  • Getting Requirements Right

    Originally posted on: http://geekswithblogs.net/tmurphy/archive/2013/10/28/getting-requirements-right.aspxI had a meeting with a stakeholder who stated “I bet you wish I wasn’t in these meetings”.  She said this because she kept changing what we thought the end product should look like.  My reply was that it would be much worse if she came in at the end of the project and told us we had just built the wrong solution. You have to take the time to get the requirements right.  Be honest with all involved parties as to the amount of time it is taking to refine the requirements.  The only thing worse than wrong requirements is a surprise in budget overages.  If you give open visibility to your progress then management has the ability to shift priorities if needed. In order to capture the best requirements use different approaches to help your stakeholders to articulate their needs.  Use mock ups and matrix spread sheets to allow them to visualize and confirm that everyone has the same understanding.  The goals isn’t to record every last detail, but to have the major landmarks identified so there are fewer surprises along the way. Help the team members to understand that you all have the same goal.  You want to create the best possible solution for the given business problem.  If you do this everyone involved will do there best to outline a picture of what is to be built and you will be able to design an appropriate solution to fill those needs more easily.   • A new day has dawned in my SharePoint world.

    Until I started working with SharePoint, I never thought I would be blogging.  I am usually a pretty private individual, but this thing called the SharePoint community pulls you in and makes you feel like you should be a part of it, contributing to it and giving something back.  So here I am blogging for the first time – and so begins my tale. I started my work life as a Systems admin, but was given a chance to start working with SharePoint 2007 back in - ironically enough - January of 2007.  It has been downhill from there or uphill depending on your perspective!  I jumped in with both feet and haven’t looked back.  Lucky for me Microsoft gave us a new version to work with.  A new job a couple years ago gave me the chance to work with that new version.  Now I spend my days weaving a tale of SharePoint for a Sales based organization. So why this blog?  To give something back. I spend most days toggling between administration, InfoPath, Branding and design, HTML, JQuery, and XSLT depending on the need.  The blog will detail these projects and solutions as best I can.  Hopefully they will be of use to someone who may be trying to accomplish similar things, just as many of the blogs that I have referenced over the last 5 years have been a huge help and resource for me.

    This is not a very related software / hardware question, but it's too related to the Tech world. I started a work 3 months before, and I am about to finish this week, and my boss asked me to do a planning of what I've done so far, I think this is totally ok, but he is asking for what I did each day with the hours I spent in these days. This is a sample of what I sent him M T W T F week 29/06 to 03/07 compréhension et analyse du problématique * * architecture de l'application * * * which translates to first task, I spent Monday + Tuesday on, and the last W, T, and Friday. What he is asking for, is what I've done in each day, with the timing I spent on (obviously, I don't think I remember, and because for a programmer, there are no sequence tasks, I mean I change code in a class, then change it in another to fit with the new one and so far) So my question is: is what he asking normal? and if so how can I detail the planning for the 3 months. [update] I used the email account we use to test our software with the extern servers, and I got a good view of what I was doing in every day :), a generic view but it helped too much (PS: The boss doesn't know anything about programming, for him, it's like writing lines and get results back nothing more )

  • Zen and the Art of File and Folder Organization

If you’ve been putting off getting organized because the task is too huge or daunting, or you don’t know where to start, we’ve got 40 tips to get you on the path to zen mastery of your filing system. For all those readers who would like to get their files and folders organized, or, if they’re already organized, better organized—we have compiled a complete guide to getting organized and staying organized, a comprehensive article that will hopefully cover every possible tip you could want. Signs that Your Computer is Poorly Organized If your computer is a mess, you’re probably already aware of it.  But just in case you’re not, here are some tell-tale signs: Your Desktop has over 40 icons on it “My Documents” contains over 300 files and 60 folders, including MP3s and digital photos You use the Windows’ built-in search facility whenever you need to find a file You can’t find programs in the out-of-control list of programs in your Start Menu You save all your Word documents in one folder, all your spreadsheets in a second folder, etc Any given file that you’re looking for may be in any one of four different sets of folders But before we start, here are some quick notes: We’re going to assume you know what files and folders are, and how to create, save, rename, copy and delete them The organization principles described in this article apply equally to all computer systems.  However, the screenshots here will reflect how things look on Windows (usually Windows 7).  We will also mention some useful features of Windows that can help you get organized. Everyone has their own favorite methodology of organizing and filing, and it’s all too easy to get into “My Way is Better than Your Way” arguments.  The reality is that there is no perfect way of getting things organized.  When I wrote this article, I tried to keep a generalist and objective viewpoint.  I consider myself to be unusually well organized (to the point of obsession, truth be told), and I’ve had 25 years experience in collecting and organizing files on computers.  So I’ve got a lot to say on the subject.  But the tips I have described here are only one way of doing it.  Hopefully some of these tips will work for you too, but please don’t read this as any sort of “right” way to do it. At the end of the article we’ll be asking you, the reader, for your own organization tips. Why Bother Organizing At All? For some, the answer to this question is self-evident. And yet, in this era of powerful desktop search software (the search capabilities built into the Windows Vista and Windows 7 Start Menus, and third-party programs like Google Desktop Search), the question does need to be asked, and answered. I have a friend who puts every file he ever creates, receives or downloads into his My Documents folder and doesn’t bother filing them into subfolders at all.  He relies on the search functionality built into his Windows operating system to help him find whatever he’s looking for.  And he always finds it.  He’s a Search Samurai.  For him, filing is a waste of valuable time that could be spent enjoying life! It’s tempting to follow suit.  On the face of it, why would anyone bother to take the time to organize their hard disk when such excellent search software is available?  Well, if all you ever want to do with the files you own is to locate and open them individually (for listening, editing, etc), then there’s no reason to ever bother doing one scrap of organization.  But consider these common tasks that are not achievable with desktop search software: Find files manually.  Often it’s not convenient, speedy or even possible to utilize your desktop search software to find what you want.  It doesn’t work 100% of the time, or you may not even have it installed.  Sometimes its just plain faster to go straight to the file you want, if you know it’s in a particular sub-folder, rather than trawling through hundreds of search results. Find groups of similar files (e.g. all your “work” files, all the photos of your Europe holiday in 2008, all your music videos, all the MP3s from Dark Side of the Moon, all your letters you wrote to your wife, all your tax returns).  Clever naming of the files will only get you so far.  Sometimes it’s the date the file was created that’s important, other times it’s the file format, and other times it’s the purpose of the file.  How do you name a collection of files so that they’re easy to isolate based on any of the above criteria?  Short answer, you can’t. Move files to a new computer.  It’s time to upgrade your computer.  How do you quickly grab all the files that are important to you?  Or you decide to have two computers now – one for home and one for work.  How do you quickly isolate only the work-related files to move them to the work computer? Synchronize files to other computers.  If you have more than one computer, and you need to mirror some of your files onto the other computer (e.g. your music collection), then you need a way to quickly determine which files are to be synced and which are not.  Surely you don’t want to synchronize everything? Choose which files to back up.  If your backup regime calls for multiple backups, or requires speedy backups, then you’ll need to be able to specify which files are to be backed up, and which are not.  This is not possible if they’re all in the same folder. Finally, if you’re simply someone who takes pleasure in being organized, tidy and ordered (me! me!), then you don’t even need a reason.  Being disorganized is simply unthinkable. Tips on Getting Organized Here we present our 40 best tips on how to get organized.  Or, if you’re already organized, to get better organized. Tip #1.  Choose Your Organization System Carefully The reason that most people are not organized is that it takes time.  And the first thing that takes time is deciding upon a system of organization.  This is always a matter of personal preference, and is not something that a geek on a website can tell you.  You should always choose your own system, based on how your own brain is organized (which makes the assumption that your brain is, in fact, organized). We can’t instruct you, but we can make suggestions: You may want to start off with a system based on the users of the computer.  i.e. “My Files”, “My Wife’s Files”, My Son’s Files”, etc.  Inside “My Files”, you might then break it down into “Personal” and “Business”.  You may then realize that there are overlaps.  For example, everyone may want to share access to the music library, or the photos from the school play.  So you may create another folder called “Family”, for the “common” files. You may decide that the highest-level breakdown of your files is based on the “source” of each file.  In other words, who created the files.  You could have “Files created by ME (business or personal)”, “Files created by people I know (family, friends, etc)”, and finally “Files created by the rest of the world (MP3 music files, downloaded or ripped movies or TV shows, software installation files, gorgeous desktop wallpaper images you’ve collected, etc).”  This system happens to be the one I use myself.  See below:  Mark is for files created by meVC is for files created by my company (Virtual Creations)Others is for files created by my friends and familyData is the rest of the worldAlso, Settings is where I store the configuration files and other program data files for my installed software (more on this in tip #34, below). Each folder will present its own particular set of requirements for further sub-organization.  For example, you may decide to organize your music collection into sub-folders based on the artist’s name, while your digital photos might get organized based on the date they were taken.  It can be different for every sub-folder! Another strategy would be based on “currentness”.  Files you have yet to open and look at live in one folder.  Ones that have been looked at but not yet filed live in another place.  Current, active projects live in yet another place.  All other files (your “archive”, if you like) would live in a fourth folder. (And of course, within that last folder you’d need to create a further sub-system based on one of the previous bullet points). Put some thought into this – changing it when it proves incomplete can be a big hassle!  Before you go to the trouble of implementing any system you come up with, examine a wide cross-section of the files you own and see if they will all be able to find a nice logical place to sit within your system. Tip #2.  When You Decide on Your System, Stick to It! There’s nothing more pointless than going to all the trouble of creating a system and filing all your files, and then whenever you create, receive or download a new file, you simply dump it onto your Desktop.  You need to be disciplined – forever!  Every new file you get, spend those extra few seconds to file it where it belongs!  Otherwise, in just a month or two, you’ll be worse off than before – half your files will be organized and half will be disorganized – and you won’t know which is which! Tip #3.  Choose the Root Folder of Your Structure Carefully Every data file (document, photo, music file, etc) that you create, own or is important to you, no matter where it came from, should be found within one single folder, and that one single folder should be located at the root of your C: drive (as a sub-folder of C:\).  In other words, do not base your folder structure in standard folders like “My Documents”.  If you do, then you’re leaving it up to the operating system engineers to decide what folder structure is best for you.  And every operating system has a different system!  In Windows 7 your files are found in C:\Users\YourName, whilst on Windows XP it was C:\Documents and Settings\YourName\My Documents.  In UNIX systems it’s often /home/YourName. These standard default folders tend to fill up with junk files and folders that are not at all important to you.  “My Documents” is the worst offender.  Every second piece of software you install, it seems, likes to create its own folder in the “My Documents” folder.  These folders usually don’t fit within your organizational structure, so don’t use them!  In fact, don’t even use the “My Documents” folder at all.  Allow it to fill up with junk, and then simply ignore it.  It sounds heretical, but: Don’t ever visit your “My Documents” folder!  Remove your icons/links to “My Documents” and replace them with links to the folders you created and you care about! Create your own file system from scratch!  Probably the best place to put it would be on your D: drive – if you have one.  This way, all your files live on one drive, while all the operating system and software component files live on the C: drive – simply and elegantly separated.  The benefits of that are profound.  Not only are there obvious organizational benefits (see tip #10, below), but when it comes to migrate your data to a new computer, you can (sometimes) simply unplug your D: drive and plug it in as the D: drive of your new computer (this implies that the D: drive is actually a separate physical disk, and not a partition on the same disk as C:).  You also get a slight speed improvement (again, only if your C: and D: drives are on separate physical disks). Warning:  From tip #12, below, you will see that it’s actually a good idea to have exactly the same file system structure – including the drive it’s filed on – on all of the computers you own.  So if you decide to use the D: drive as the storage system for your own files, make sure you are able to use the D: drive on all the computers you own.  If you can’t ensure that, then you can still use a clever geeky trick to store your files on the D: drive, but still access them all via the C: drive (see tip #17, below). If you only have one hard disk (C:), then create a dedicated folder that will contain all your files – something like C:\Files.  The name of the folder is not important, but make it a single, brief word. There are several reasons for this: When creating a backup regime, it’s easy to decide what files should be backed up – they’re all in the one folder! If you ever decide to trade in your computer for a new one, you know exactly which files to migrate You will always know where to begin a search for any file If you synchronize files with other computers, it makes your synchronization routines very simple.   It also causes all your shortcuts to continue to work on the other machines (more about this in tip #24, below). Once you’ve decided where your files should go, then put all your files in there – Everything!  Completely disregard the standard, default folders that are created for you by the operating system (“My Music”, “My Pictures”, etc).  In fact, you can actually relocate many of those folders into your own structure (more about that below, in tip #6). The more completely you get all your data files (documents, photos, music, etc) and all your configuration settings into that one folder, then the easier it will be to perform all of the above tasks. Once this has been done, and all your files live in one folder, all the other folders in C:\ can be thought of as “operating system” folders, and therefore of little day-to-day interest for us. Here’s a screenshot of a nicely organized C: drive, where all user files are located within the \Files folder:   Tip #4.  Use Sub-Folders This would be our simplest and most obvious tip.  It almost goes without saying.  Any organizational system you decide upon (see tip #1) will require that you create sub-folders for your files.  Get used to creating folders on a regular basis. Tip #5.  Don’t be Shy About Depth Create as many levels of sub-folders as you need.  Don’t be scared to do so.  Every time you notice an opportunity to group a set of related files into a sub-folder, do so.  Examples might include:  All the MP3s from one music CD, all the photos from one holiday, or all the documents from one client. It’s perfectly okay to put files into a folder called C:\Files\Me\From Others\Services\WestCo Bank\Statements\2009.  That’s only seven levels deep.  Ten levels is not uncommon.  Of course, it’s possible to take this too far.  If you notice yourself creating a sub-folder to hold only one file, then you’ve probably become a little over-zealous.  On the other hand, if you simply create a structure with only two levels (for example C:\Files\Work) then you really haven’t achieved any level of organization at all (unless you own only six files!).  Your “Work” folder will have become a dumping ground, just like your Desktop was, with most likely hundreds of files in it. Tip #6.  Move the Standard User Folders into Your Own Folder Structure Most operating systems, including Windows, create a set of standard folders for each of its users.  These folders then become the default location for files such as documents, music files, digital photos and downloaded Internet files.  In Windows 7, the full list is shown below: Some of these folders you may never use nor care about (for example, the Favorites folder, if you’re not using Internet Explorer as your browser).  Those ones you can leave where they are.  But you may be using some of the other folders to store files that are important to you.  Even if you’re not using them, Windows will still often treat them as the default storage location for many types of files.  When you go to save a standard file type, it can become annoying to be automatically prompted to save it in a folder that’s not part of your own file structure. But there’s a simple solution:  Move the folders you care about into your own folder structure!  If you do, then the next time you go to save a file of the corresponding type, Windows will prompt you to save it in the new, moved location. Moving the folders is easy.  Simply drag-and-drop them to the new location.  Here’s a screenshot of the default My Music folder being moved to my custom personal folder (Mark): Tip #7.  Name Files and Folders Intelligently This is another one that almost goes without saying, but we’ll say it anyway:  Do not allow files to be created that have meaningless names like Document1.doc, or folders called New Folder (2).  Take that extra 20 seconds and come up with a meaningful name for the file/folder – one that accurately divulges its contents without repeating the entire contents in the name. Tip #8.  Watch Out for Long Filenames Another way to tell if you have not yet created enough depth to your folder hierarchy is that your files often require really long names.  If you need to call a file Johnson Sales Figures March 2009.xls (which might happen to live in the same folder as Abercrombie Budget Report 2008.xls), then you might want to create some sub-folders so that the first file could be simply called March.xls, and living in the Clients\Johnson\Sales Figures\2009 folder. A well-placed file needs only a brief filename! Tip #9.  Use Shortcuts!  Everywhere! This is probably the single most useful and important tip we can offer.  A shortcut allows a file to be in two places at once. Why would you want that?  Well, the file and folder structure of every popular operating system on the market today is hierarchical.  This means that all objects (files and folders) always live within exactly one parent folder.  It’s a bit like a tree.  A tree has branches (folders) and leaves (files).  Each leaf, and each branch, is supported by exactly one parent branch, all the way back to the root of the tree (which, incidentally, is exactly why C:\ is called the “root folder” of the C: drive). That hard disks are structured this way may seem obvious and even necessary, but it’s only one way of organizing data.  There are others:  Relational databases, for example, organize structured data entirely differently.  The main limitation of hierarchical filing structures is that a file can only ever be in one branch of the tree – in only one folder – at a time.  Why is this a problem?  Well, there are two main reasons why this limitation is a problem for computer users: The “correct” place for a file, according to our organizational rationale, is very often a very inconvenient place for that file to be located.  Just because it’s correctly filed doesn’t mean it’s easy to get to.  Your file may be “correctly” buried six levels deep in your sub-folder structure, but you may need regular and speedy access to this file every day.  You could always move it to a more convenient location, but that would mean that you would need to re-file back to its “correct” location it every time you’d finished working on it.  Most unsatisfactory. A file may simply “belong” in two or more different locations within your file structure.  For example, say you’re an accountant and you have just completed the 2009 tax return for John Smith.  It might make sense to you to call this file 2009 Tax Return.doc and file it under Clients\John Smith.  But it may also be important to you to have the 2009 tax returns from all your clients together in the one place.  So you might also want to call the file John Smith.doc and file it under Tax Returns\2009.  The problem is, in a purely hierarchical filing system, you can’t put it in both places.  Grrrrr! Fortunately, Windows (and most other operating systems) offers a way for you to do exactly that:  It’s called a “shortcut” (also known as an “alias” on Macs and a “symbolic link” on UNIX systems).  Shortcuts allow a file to exist in one place, and an icon that represents the file to be created and put anywhere else you please.  In fact, you can create a dozen such icons and scatter them all over your hard disk.  Double-clicking on one of these icons/shortcuts opens up the original file, just as if you had double-clicked on the original file itself. Consider the following two icons: The one on the left is the actual Word document, while the one on the right is a shortcut that represents the Word document.  Double-clicking on either icon will open the same file.  There are two main visual differences between the icons: The shortcut will have a small arrow in the lower-left-hand corner (on Windows, anyway) The shortcut is allowed to have a name that does not include the file extension (the “.docx” part, in this case) You can delete the shortcut at any time without losing any actual data.  The original is still intact.  All you lose is the ability to get to that data from wherever the shortcut was. So why are shortcuts so great?  Because they allow us to easily overcome the main limitation of hierarchical file systems, and put a file in two (or more) places at the same time.  You will always have files that don’t play nice with your organizational rationale, and can’t be filed in only one place.  They demand to exist in two places.  Shortcuts allow this!  Furthermore, they allow you to collect your most often-opened files and folders together in one spot for convenient access.  The cool part is that the original files stay where they are, safe forever in their perfectly organized location. So your collection of most often-opened files can – and should – become a collection of shortcuts! If you’re still not convinced of the utility of shortcuts, consider the following well-known areas of a typical Windows computer: The Start Menu (and all the programs that live within it) The Quick Launch bar (or the Superbar in Windows 7) The “Favorite folders” area in the top-left corner of the Windows Explorer window (in Windows Vista or Windows 7) Your Internet Explorer Favorites or Firefox Bookmarks Each item in each of these areas is a shortcut!  Each of those areas exist for one purpose only:  For convenience – to provide you with a collection of the files and folders you access most often. It should be easy to see by now that shortcuts are designed for one single purpose:  To make accessing your files more convenient.  Each time you double-click on a shortcut, you are saved the hassle of locating the file (or folder, or program, or drive, or control panel icon) that it represents. Shortcuts allow us to invent a golden rule of file and folder organization: “Only ever have one copy of a file – never have two copies of the same file.  Use a shortcut instead” (this rule doesn’t apply to copies created for backup purposes, of course!) There are also lesser rules, like “don’t move a file into your work area – create a shortcut there instead”, and “any time you find yourself frustrated with how long it takes to locate a file, create a shortcut to it and place that shortcut in a convenient location.” So how to we create these massively useful shortcuts?  There are two main ways: “Copy” the original file or folder (click on it and type Ctrl-C, or right-click on it and select Copy):  Then right-click in an empty area of the destination folder (the place where you want the shortcut to go) and select Paste shortcut: Right-drag (drag with the right mouse button) the file from the source folder to the destination folder.  When you let go of the mouse button at the destination folder, a menu pops up: Select Create shortcuts here. Note that when shortcuts are created, they are often named something like Shortcut to Budget Detail.doc (windows XP) or Budget Detail – Shortcut.doc (Windows 7).   If you don’t like those extra words, you can easily rename the shortcuts after they’re created, or you can configure Windows to never insert the extra words in the first place (see our article on how to do this). And of course, you can create shortcuts to folders too, not just to files! Bottom line: Whenever you have a file that you’d like to access from somewhere else (whether it’s convenience you’re after, or because the file simply belongs in two places), create a shortcut to the original file in the new location. Tip #10.  Separate Application Files from Data Files Any digital organization guru will drum this rule into you.  Application files are the components of the software you’ve installed (e.g. Microsoft Word, Adobe Photoshop or Internet Explorer).  Data files are the files that you’ve created for yourself using that software (e.g. Word Documents, digital photos, emails or playlists). Software gets installed, uninstalled and upgraded all the time.  Hopefully you always have the original installation media (or downloaded set-up file) kept somewhere safe, and can thus reinstall your software at any time.  This means that the software component files are of little importance.  Whereas the files you have created with that software is, by definition, important.  It’s a good rule to always separate unimportant files from important files. So when your software prompts you to save a file you’ve just created, take a moment and check out where it’s suggesting that you save the file.  If it’s suggesting that you save the file into the same folder as the software itself, then definitely don’t follow that suggestion.  File it in your own folder!  In fact, see if you can find the program’s configuration option that determines where files are saved by default (if it has one), and change it. Tip #11.  Organize Files Based on Purpose, Not on File Type If you have, for example a folder called Work\Clients\Johnson, and within that folder you have two sub-folders, Word Documents and Spreadsheets (in other words, you’re separating “.doc” files from “.xls” files), then chances are that you’re not optimally organized.  It makes little sense to organize your files based on the program that created them.  Instead, create your sub-folders based on the purpose of the file.  For example, it would make more sense to create sub-folders called Correspondence and Financials.  It may well be that all the files in a given sub-folder are of the same file-type, but this should be more of a coincidence and less of a design feature of your organization system. Tip #12.  Maintain the Same Folder Structure on All Your Computers In other words, whatever organizational system you create, apply it to every computer that you can.  There are several benefits to this: There’s less to remember.  No matter where you are, you always know where to look for your files If you copy or synchronize files from one computer to another, then setting up the synchronization job becomes very simple Shortcuts can be copied or moved from one computer to another with ease (assuming the original files are also copied/moved).  There’s no need to find the target of the shortcut all over again on the second computer Ditto for linked files (e.g Word documents that link to data in a separate Excel file), playlists, and any files that reference the exact file locations of other files. This applies even to the drive that your files are stored on.  If your files are stored on C: on one computer, make sure they’re stored on C: on all your computers.  Otherwise all your shortcuts, playlists and linked files will stop working! Tip #13.  Create an “Inbox” Folder Create yourself a folder where you store all files that you’re currently working on, or that you haven’t gotten around to filing yet.  You can think of this folder as your “to-do” list.  You can call it “Inbox” (making it the same metaphor as your email system), or “Work”, or “To-Do”, or “Scratch”, or whatever name makes sense to you.  It doesn’t matter what you call it – just make sure you have one! Once you have finished working on a file, you then move it from the “Inbox” to its correct location within your organizational structure. You may want to use your Desktop as this “Inbox” folder.  Rightly or wrongly, most people do.  It’s not a bad place to put such files, but be careful:  If you do decide that your Desktop represents your “to-do” list, then make sure that no other files find their way there.  In other words, make sure that your “Inbox”, wherever it is, Desktop or otherwise, is kept free of junk – stray files that don’t belong there. So where should you put this folder, which, almost by definition, lives outside the structure of the rest of your filing system?  Well, first and foremost, it has to be somewhere handy.  This will be one of your most-visited folders, so convenience is key.  Putting it on the Desktop is a great option – especially if you don’t have any other folders on your Desktop:  the folder then becomes supremely easy to find in Windows Explorer: You would then create shortcuts to this folder in convenient spots all over your computer (“Favorite Links”, “Quick Launch”, etc). Tip #14.  Ensure You have Only One “Inbox” Folder Once you’ve created your “Inbox” folder, don’t use any other folder location as your “to-do list”.  Throw every incoming or created file into the Inbox folder as you create/receive it.  This keeps the rest of your computer pristine and free of randomly created or downloaded junk.  The last thing you want to be doing is checking multiple folders to see all your current tasks and projects.  Gather them all together into one folder. Here are some tips to help ensure you only have one Inbox: Set the default “save” location of all your programs to this folder. Set the default “download” location for your browser to this folder. If this folder is not your desktop (recommended) then also see if you can make a point of not putting “to-do” files on your desktop.  This keeps your desktop uncluttered and Zen-like: (the Inbox folder is in the bottom-right corner) Tip #15.  Be Vigilant about Clearing Your “Inbox” Folder This is one of the keys to staying organized.  If you let your “Inbox” overflow (i.e. allow there to be more than, say, 30 files or folders in there), then you’re probably going to start feeling like you’re overwhelmed:  You’re not keeping up with your to-do list.  Once your Inbox gets beyond a certain point (around 30 files, studies have shown), then you’ll simply start to avoid it.  You may continue to put files in there, but you’ll be scared to look at it, fearing the “out of control” feeling that all overworked, chaotic or just plain disorganized people regularly feel. So, here’s what you can do: Visit your Inbox/to-do folder regularly (at least five times per day). Scan the folder regularly for files that you have completed working on and are ready for filing.  File them immediately. Make it a source of pride to keep the number of files in this folder as small as possible.  If you value peace of mind, then make the emptiness of this folder one of your highest (computer) priorities If you know that a particular file has been in the folder for more than, say, six weeks, then admit that you’re not actually going to get around to processing it, and move it to its final resting place. Tip #16.  File Everything Immediately, and Use Shortcuts for Your Active Projects As soon as you create, receive or download a new file, store it away in its “correct” folder immediately.  Then, whenever you need to work on it (possibly straight away), create a shortcut to it in your “Inbox” (“to-do”) folder or your desktop.  That way, all your files are always in their “correct” locations, yet you still have immediate, convenient access to your current, active files.  When you finish working on a file, simply delete the shortcut. Ideally, your “Inbox” folder – and your Desktop – should contain no actual files or folders.  They should simply contain shortcuts. Tip #17.  Use Directory Symbolic Links (or Junctions) to Maintain One Unified Folder Structure Using this tip, we can get around a potential hiccup that we can run into when creating our organizational structure – the issue of having more than one drive on our computer (C:, D:, etc).  We might have files we need to store on the D: drive for space reasons, and yet want to base our organized folder structure on the C: drive (or vice-versa). Your chosen organizational structure may dictate that all your files must be accessed from the C: drive (for example, the root folder of all your files may be something like C:\Files).  And yet you may still have a D: drive and wish to take advantage of the hundreds of spare Gigabytes that it offers.  Did you know that it’s actually possible to store your files on the D: drive and yet access them as if they were on the C: drive?  And no, we’re not talking about shortcuts here (although the concept is very similar). By using the shell command mklink, you can essentially take a folder that lives on one drive and create an alias for it on a different drive (you can do lots more than that with mklink – for a full rundown on this programs capabilities, see our dedicated article).  These aliases are called directory symbolic links (and used to be known as junctions).  You can think of them as “virtual” folders.  They function exactly like regular folders, except they’re physically located somewhere else. For example, you may decide that your entire D: drive contains your complete organizational file structure, but that you need to reference all those files as if they were on the C: drive, under C:\Files.  If that was the case you could create C:\Files as a directory symbolic link – a link to D:, as follows: mklink /d c:\files d:\ Or it may be that the only files you wish to store on the D: drive are your movie collection.  You could locate all your movie files in the root of your D: drive, and then link it to C:\Files\Media\Movies, as follows: mklink /d c:\files\media\movies d:\ (Needless to say, you must run these commands from a command prompt – click the Start button, type cmd and press Enter) Tip #18. Customize Your Folder Icons This is not strictly speaking an organizational tip, but having unique icons for each folder does allow you to more quickly visually identify which folder is which, and thus saves you time when you’re finding files.  An example is below (from my folder that contains all files downloaded from the Internet): To learn how to change your folder icons, please refer to our dedicated article on the subject. Tip #19.  Tidy Your Start Menu The Windows Start Menu is usually one of the messiest parts of any Windows computer.  Every program you install seems to adopt a completely different approach to placing icons in this menu.  Some simply put a single program icon.  Others create a folder based on the name of the software.  And others create a folder based on the name of the software manufacturer.  It’s chaos, and can make it hard to find the software you want to run. Thankfully we can avoid this chaos with useful operating system features like Quick Launch, the Superbar or pinned start menu items. Even so, it would make a lot of sense to get into the guts of the Start Menu itself and give it a good once-over.  All you really need to decide is how you’re going to organize your applications.  A structure based on the purpose of the application is an obvious candidate.  Below is an example of one such structure: In this structure, Utilities means software whose job it is to keep the computer itself running smoothly (configuration tools, backup software, Zip programs, etc).  Applications refers to any productivity software that doesn’t fit under the headings Multimedia, Graphics, Internet, etc. In case you’re not aware, every icon in your Start Menu is a shortcut and can be manipulated like any other shortcut (copied, moved, deleted, etc). With the Windows Start Menu (all version of Windows), Microsoft has decided that there be two parallel folder structures to store your Start Menu shortcuts.  One for you (the logged-in user of the computer) and one for all users of the computer.  Having two parallel structures can often be redundant:  If you are the only user of the computer, then having two parallel structures is totally redundant.  Even if you have several users that regularly log into the computer, most of your installed software will need to be made available to all users, and should thus be moved out of the “just you” version of the Start Menu and into the “all users” area. To take control of your Start Menu, so you can start organizing it, you’ll need to know how to access the actual folders and shortcut files that make up the Start Menu (both versions of it).  To find these folders and files, click the Start button and then right-click on the All Programs text (Windows XP users should right-click on the Start button itself): The Open option refers to the “just you” version of the Start Menu, while the Open All Users option refers to the “all users” version.  Click on the one you want to organize. A Windows Explorer window then opens with your chosen version of the Start Menu selected.  From there it’s easy.  Double-click on the Programs folder and you’ll see all your folders and shortcuts.  Now you can delete/rename/move until it’s just the way you want it. Note:  When you’re reorganizing your Start Menu, you may want to have two Explorer windows open at the same time – one showing the “just you” version and one showing the “all users” version.  You can drag-and-drop between the windows. Tip #20.  Keep Your Start Menu Tidy Once you have a perfectly organized Start Menu, try to be a little vigilant about keeping it that way.  Every time you install a new piece of software, the icons that get created will almost certainly violate your organizational structure. So to keep your Start Menu pristine and organized, make sure you do the following whenever you install a new piece of software: Check whether the software was installed into the “just you” area of the Start Menu, or the “all users” area, and then move it to the correct area. Remove all the unnecessary icons (like the “Read me” icon, the “Help” icon (you can always open the help from within the software itself when it’s running), the “Uninstall” icon, the link(s)to the manufacturer’s website, etc) Rename the main icon(s) of the software to something brief that makes sense to you.  For example, you might like to rename Microsoft Office Word 2010 to simply Word Move the icon(s) into the correct folder based on your Start Menu organizational structure And don’t forget:  when you uninstall a piece of software, the software’s uninstall routine is no longer going to be able to remove the software’s icon from the Start Menu (because you moved and/or renamed it), so you’ll need to remove that icon manually. Tip #21.  Tidy C:\ The root of your C: drive (C:\) is a common dumping ground for files and folders – both by the users of your computer and by the software that you install on your computer.  It can become a mess. There’s almost no software these days that requires itself to be installed in C:\.  99% of the time it can and should be installed into C:\Program Files.  And as for your own files, well, it’s clear that they can (and almost always should) be stored somewhere else. In an ideal world, your C:\ folder should look like this (on Windows 7): Note that there are some system files and folders in C:\ that are usually and deliberately “hidden” (such as the Windows virtual memory file pagefile.sys, the boot loader file bootmgr, and the System Volume Information folder).  Hiding these files and folders is a good idea, as they need to stay where they are and are almost never needed to be opened or even seen by you, the user.  Hiding them prevents you from accidentally messing with them, and enhances your sense of order and well-being when you look at your C: drive folder. Tip #22.  Tidy Your Desktop The Desktop is probably the most abused part of a Windows computer (from an organization point of view).  It usually serves as a dumping ground for all incoming files, as well as holding icons to oft-used applications, plus some regularly opened files and folders.  It often ends up becoming an uncontrolled mess.  See if you can avoid this.  Here’s why… Application icons (Word, Internet Explorer, etc) are often found on the Desktop, but it’s unlikely that this is the optimum place for them.  The “Quick Launch” bar (or the Superbar in Windows 7) is always visible and so represents a perfect location to put your icons.  You’ll only be able to see the icons on your Desktop when all your programs are minimized.  It might be time to get your application icons off your desktop… You may have decided that the Inbox/To-do folder on your computer (see tip #13, above) should be your Desktop.  If so, then enough said.  Simply be vigilant about clearing it and preventing it from being polluted by junk files (see tip #15, above).  On the other hand, if your Desktop is not acting as your “Inbox” folder, then there’s no reason for it to have any data files or folders on it at all, except perhaps a couple of shortcuts to often-opened files and folders (either ongoing or current projects).  Everything else should be moved to your “Inbox” folder. In an ideal world, it might look like this: Tip #23.  Move Permanent Items on Your Desktop Away from the Top-Left Corner When files/folders are dragged onto your desktop in a Windows Explorer window, or when shortcuts are created on your Desktop from Internet Explorer, those icons are always placed in the top-left corner – or as close as they can get.  If you have other files, folders or shortcuts that you keep on the Desktop permanently, then it’s a good idea to separate these permanent icons from the transient ones, so that you can quickly identify which ones the transients are.  An easy way to do this is to move all your permanent icons to the right-hand side of your Desktop.  That should keep them separated from incoming items. Tip #24.  Synchronize If you have more than one computer, you’ll almost certainly want to share files between them.  If the computers are permanently attached to the same local network, then there’s no need to store multiple copies of any one file or folder – shortcuts will suffice.  However, if the computers are not always on the same network, then you will at some point need to copy files between them.  For files that need to permanently live on both computers, the ideal way to do this is to synchronize the files, as opposed to simply copying them. We only have room here to write a brief summary of synchronization, not a full article.  In short, there are several different types of synchronization: Where the contents of one folder are accessible anywhere, such as with Dropbox Where the contents of any number of folders are accessible anywhere, such as with Windows Live Mesh Where any files or folders from anywhere on your computer are synchronized with exactly one other computer, such as with the Windows “Briefcase”, Microsoft SyncToy, or (much more powerful, yet still free) SyncBack from 2BrightSparks.  This only works when both computers are on the same local network, at least temporarily. A great advantage of synchronization solutions is that once you’ve got it configured the way you want it, then the sync process happens automatically, every time.  Click a button (or schedule it to happen automatically) and all your files are automagically put where they’re supposed to be. If you maintain the same file and folder structure on both computers, then you can also sync files depend upon the correct location of other files, like shortcuts, playlists and office documents that link to other office documents, and the synchronized files still work on the other computer! Tip #25.  Hide Files You Never Need to See If you have your files well organized, you will often be able to tell if a file is out of place just by glancing at the contents of a folder (for example, it should be pretty obvious if you look in a folder that contains all the MP3s from one music CD and see a Word document in there).  This is a good thing – it allows you to determine if there are files out of place with a quick glance.  Yet sometimes there are files in a folder that seem out of place but actually need to be there, such as the “folder art” JPEGs in music folders, and various files in the root of the C: drive.  If such files never need to be opened by you, then a good idea is to simply hide them.  Then, the next time you glance at the folder, you won’t have to remember whether that file was supposed to be there or not, because you won’t see it at all! To hide a file, simply right-click on it and choose Properties: Then simply tick the Hidden tick-box:   Tip #26.  Keep Every Setup File These days most software is downloaded from the Internet.  Whenever you download a piece of software, keep it.  You’ll never know when you need to reinstall the software. Further, keep with it an Internet shortcut that links back to the website where you originally downloaded it, in case you ever need to check for updates. See tip #33 below for a full description of the excellence of organizing your setup files. Tip #27.  Try to Minimize the Number of Folders that Contain Both Files and Sub-folders Some of the folders in your organizational structure will contain only files.  Others will contain only sub-folders.  And you will also have some folders that contain both files and sub-folders.  You will notice slight improvements in how long it takes you to locate a file if you try to avoid this third type of folder.  It’s not always possible, of course – you’ll always have some of these folders, but see if you can avoid it. One way of doing this is to take all the leftover files that didn’t end up getting stored in a sub-folder and create a special “Miscellaneous” or “Other” folder for them. Tip #28.  Starting a Filename with an Underscore Brings it to the Top of a List Further to the previous tip, if you name that “Miscellaneous” or “Other” folder in such a way that its name begins with an underscore “_”, then it will appear at the top of the list of files/folders. The screenshot below is an example of this.  Each folder in the list contains a set of digital photos.  The folder at the top of the list, _Misc, contains random photos that didn’t deserve their own dedicated folder: Tip #29.  Clean Up those CD-ROMs and (shudder!) Floppy Disks Have you got a pile of CD-ROMs stacked on a shelf of your office?  Old photos, or files you archived off onto CD-ROM (or even worse, floppy disks!) because you didn’t have enough disk space at the time?  In the meantime have you upgraded your computer and now have 500 Gigabytes of space you don’t know what to do with?  If so, isn’t it time you tidied up that stack of disks and filed them into your gorgeous new folder structure? So what are you waiting for?  Bite the bullet, copy them all back onto your computer, file them in their appropriate folders, and then back the whole lot up onto a shiny new 1000Gig external hard drive! Useful Folders to Create This next section suggests some useful folders that you might want to create within your folder structure.  I’ve personally found them to be indispensable. The first three are all about convenience – handy folders to create and then put somewhere that you can always access instantly.  For each one, it’s not so important where the actual folder is located, but it’s very important where you put the shortcut(s) to the folder.  You might want to locate the shortcuts: On your Desktop In your “Quick Launch” area (or pinned to your Windows 7 Superbar) In your Windows Explorer “Favorite Links” area Tip #30.  Create an “Inbox” (“To-Do”) Folder This has already been mentioned in depth (see tip #13), but we wanted to reiterate its importance here.  This folder contains all the recently created, received or downloaded files that you have not yet had a chance to file away properly, and it also may contain files that you have yet to process.  In effect, it becomes a sort of “to-do list”.  It doesn’t have to be called “Inbox” – you can call it whatever you want. Tip #31.  Create a Folder where Your Current Projects are Collected Rather than going hunting for them all the time, or dumping them all on your desktop, create a special folder where you put links (or work folders) for each of the projects you’re currently working on. You can locate this folder in your “Inbox” folder, on your desktop, or anywhere at all – just so long as there’s a way of getting to it quickly, such as putting a link to it in Windows Explorer’s “Favorite Links” area: Tip #32.  Create a Folder for Files and Folders that You Regularly Open You will always have a few files that you open regularly, whether it be a spreadsheet of your current accounts, or a favorite playlist.  These are not necessarily “current projects”, rather they’re simply files that you always find yourself opening.  Typically such files would be located on your desktop (or even better, shortcuts to those files).  Why not collect all such shortcuts together and put them in their own special folder? As with the “Current Projects” folder (above), you would want to locate that folder somewhere convenient.  Below is an example of a folder called “Quick links”, with about seven files (shortcuts) in it, that is accessible through the Windows Quick Launch bar: See tip #37 below for a full explanation of the power of the Quick Launch bar. Tip #33.  Create a “Set-ups” Folder A typical computer has dozens of applications installed on it.  For each piece of software, there are often many different pieces of information you need to keep track of, including: The original installation setup file(s).  This can be anything from a simple 100Kb setup.exe file you downloaded from a website, all the way up to a 4Gig ISO file that you copied from a DVD-ROM that you purchased. The home page of the software manufacturer (in case you need to look up something on their support pages, their forum or their online help) The page containing the download link for your actual file (in case you need to re-download it, or download an upgraded version) The serial number Your proof-of-purchase documentation Any other template files, plug-ins, themes, etc that also need to get installed For each piece of software, it’s a great idea to gather all of these files together and put them in a single folder.  The folder can be the name of the software (plus possibly a very brief description of what it’s for – in case you can’t remember what the software does based in its name).  Then you would gather all of these folders together into one place, and call it something like “Software” or “Setups”. If you have enough of these folders (I have several hundred, being a geek, collected over 20 years), then you may want to further categorize them.  My own categorization structure is based on “platform” (operating system): The last seven folders each represents one platform/operating system, while _Operating Systems contains set-up files for installing the operating systems themselves.  _Hardware contains ROMs for hardware I own, such as routers. Within the Windows folder (above), you can see the beginnings of the vast library of software I’ve compiled over the years: An example of a typical application folder looks like this: Tip #34.  Have a “Settings” Folder We all know that our documents are important.  So are our photos and music files.  We save all of these files into folders, and then locate them afterwards and double-click on them to open them.  But there are many files that are important to us that can’t be saved into folders, and then searched for and double-clicked later on.  These files certainly contain important information that we need, but are often created internally by an application, and saved wherever that application feels is appropriate. A good example of this is the “PST” file that Outlook creates for us and uses to store all our emails, contacts, appointments and so forth.  Another example would be the collection of Bookmarks that Firefox stores on your behalf. And yet another example would be the customized settings and configuration files of our all our software.  Granted, most Windows programs store their configuration in the Registry, but there are still many programs that use configuration files to store their settings. Imagine if you lost all of the above files!  And yet, when people are backing up their computers, they typically only back up the files they know about – those that are stored in the “My Documents” folder, etc.  If they had a hard disk failure or their computer was lost or stolen, their backup files would not include some of the most vital files they owned.  Also, when migrating to a new computer, it’s vital to ensure that these files make the journey. It can be a very useful idea to create yourself a folder to store all your “settings” – files that are important to you but which you never actually search for by name and double-click on to open them.  Otherwise, next time you go to set up a new computer just the way you want it, you’ll need to spend hours recreating the configuration of your previous computer! So how to we get our important files into this folder?  Well, we have a few options: Some programs (such as Outlook and its PST files) allow you to place these files wherever you want.  If you delve into the program’s options, you will find a setting somewhere that controls the location of the important settings files (or “personal storage” – PST – when it comes to Outlook) Some programs do not allow you to change such locations in any easy way, but if you get into the Registry, you can sometimes find a registry key that refers to the location of the file(s).  Simply move the file into your Settings folder and adjust the registry key to refer to the new location. Some programs stubbornly refuse to allow their settings files to be placed anywhere other then where they stipulate.  When faced with programs like these, you have three choices:  (1) You can ignore those files, (2) You can copy the files into your Settings folder (let’s face it – settings don’t change very often), or (3) you can use synchronization software, such as the Windows Briefcase, to make synchronized copies of all your files in your Settings folder.  All you then have to do is to remember to run your sync software periodically (perhaps just before you run your backup software!). There are some other things you may decide to locate inside this new “Settings” folder: Exports of registry keys (from the many applications that store their configurations in the Registry).  This is useful for backup purposes or for migrating to a new computer Notes you’ve made about all the specific customizations you have made to a particular piece of software (so that you’ll know how to do it all again on your next computer) Shortcuts to webpages that detail how to tweak certain aspects of your operating system or applications so they are just the way you like them (such as how to remove the words “Shortcut to” from the beginning of newly created shortcuts).  In other words, you’d want to create shortcuts to half the pages on the How-To Geek website! Here’s an example of a “Settings” folder: Windows Features that Help with Organization This section details some of the features of Microsoft Windows that are a boon to anyone hoping to stay optimally organized. Tip #35.  Use the “Favorite Links” Area to Access Oft-Used Folders Once you’ve created your great new filing system, work out which folders you access most regularly, or which serve as great starting points for locating the rest of the files in your folder structure, and then put links to those folders in your “Favorite Links” area of the left-hand side of the Windows Explorer window (simply called “Favorites” in Windows 7):   Some ideas for folders you might want to add there include: Your “Inbox” folder (or whatever you’ve called it) – most important! The base of your filing structure (e.g. C:\Files) A folder containing shortcuts to often-accessed folders on other computers around the network (shown above as Network Folders) A folder containing shortcuts to your current projects (unless that folder is in your “Inbox” folder) Getting folders into this area is very simple – just locate the folder you’re interested in and drag it there! Tip #36.  Customize the Places Bar in the File/Open and File/Save Boxes Consider the screenshot below: The highlighted icons (collectively known as the “Places Bar”) can be customized to refer to any folder location you want, allowing instant access to any part of your organizational structure. Note:  These File/Open and File/Save boxes have been superseded by new versions that use the Windows Vista/Windows 7 “Favorite Links”, but the older versions (shown above) are still used by a surprisingly large number of applications. The easiest way to customize these icons is to use the Group Policy Editor, but not everyone has access to this program.  If you do, open it up and navigate to: User Configuration > Administrative Templates > Windows Components > Windows Explorer > Common Open File Dialog If you don’t have access to the Group Policy Editor, then you’ll need to get into the Registry.  Navigate to: HKEY_CURRENT_USER \ Software \ Microsoft  \ Windows \ CurrentVersion \ Policies \ comdlg32 \ Placesbar It should then be easy to make the desired changes.  Log off and log on again to allow the changes to take effect. Tip #37.  Use the Quick Launch Bar as a Application and File Launcher That Quick Launch bar (to the right of the Start button) is a lot more useful than people give it credit for.  Most people simply have half a dozen icons in it, and use it to start just those programs.  But it can actually be used to instantly access just about anything in your filing system: For complete instructions on how to set this up, visit our dedicated article on this topic. Tip #38.  Put a Shortcut to Windows Explorer into Your Quick Launch Bar This is only necessary in Windows Vista and Windows XP.  The Microsoft boffins finally got wise and added it to the Windows 7 Superbar by default. Windows Explorer – the program used for managing your files and folders – is one of the most useful programs in Windows.  Anyone who considers themselves serious about being organized needs instant access to this program at any time.  A great place to create a shortcut to this program is in the Windows XP and Windows Vista “Quick Launch” bar: To get it there, locate it in your Start Menu (usually under “Accessories”) and then right-drag it down into your Quick Launch bar (and create a copy). Tip #39.  Customize the Starting Folder for Your Windows 7 Explorer Superbar Icon If you’re on Windows 7, your Superbar will include a Windows Explorer icon.  Clicking on the icon will launch Windows Explorer (of course), and will start you off in your “Libraries” folder.  Libraries may be fine as a starting point, but if you have created yourself an “Inbox” folder, then it would probably make more sense to start off in this folder every time you launch Windows Explorer. To change this default/starting folder location, then first right-click the Explorer icon in the Superbar, and then right-click Properties:Then, in Target field of the Windows Explorer Properties box that appears, type %windir%\explorer.exe followed by the path of the folder you wish to start in.  For example: %windir%\explorer.exe C:\Files If that folder happened to be on the Desktop (and called, say, “Inbox”), then you would use the following cleverness: %windir%\explorer.exe shell:desktop\Inbox Then click OK and test it out. Tip #40.  Ummmmm…. No, that’s it.  I can’t think of another one.  That’s all of the tips I can come up with.  I only created this one because 40 is such a nice round number… Case Study – An Organized PC To finish off the article, I have included a few screenshots of my (main) computer (running Vista).  The aim here is twofold: To give you a sense of what it looks like when the above, sometimes abstract, tips are applied to a real-life computer, and To offer some ideas about folders and structure that you may want to steal to use on your own PC.   • Simplify your Ajax code by using jQuery Global Ajax Handlers and ajaxSetup low-level interface

    Creating web applications with consistent layout and user interface is very important for your users. In several ASP.NET projects I’ve completed lately, I’ve been using a lot jQuery and jQuery Ajax to achieve rich user experience and seamless interaction between the client and the server. In almost all of them, I took advantage of the nice jQuery global ajax handlers and jQuery ajax functions. Let’s say you build web application which mainly interacts using Ajax post and get to accomplish various operations. As you may already know, you can easily perform Ajax operations using jQuery Ajax low-level method or jQuery $.get, $.post, etc. Simple get example: $.get("/Home/GetData", function (d) { alert(d); }); As you can see, this is the simplest possible way to make Ajax call. What it does in behind is constructing low-level Ajax call by specifying all necessary information for the request, filling with default information set for the required properties such as data type, content type, etc... If you want to have some more control over what is happening with your Ajax Request, you can easily take advantage of the global ajax handlers. In order to register global ajax handlers, jQuery API provides you set of global Ajax methods. You can find all the methods in the following link http://api.jquery.com/category/ajax/global-ajax-event-handlers/, and these are: ajaxComplete ajaxError ajaxSend ajaxStart ajaxStop ajaxSuccess And the low-level ajax interfaces http://api.jquery.com/category/ajax/low-level-interface/: ajax ajaxPrefilter ajaxSetup For global settings, I usually use ajaxSetup combining it with the ajax event handlers. $.ajaxSetup is very good to help you set default values that you will use in all of your future Ajax Requests, so that you won’t need to repeat the same properties all the time unless you want to override the default settings. So, you can create your own ways to handle various situations when your Ajax requests are occurring. Sometimes, some of your Ajax Requests may take much longer than expected… So, in order to make user friendly UI that will show some progress bar or animated image that something is happening in behind, you can combine ajaxStart and ajaxStop methods to do the same. First of all, add one <div id=”loading” style=”display:none;”> <img src="@Url.Content("~/Content/images/ajax-loader.gif")" alt="Ajax Loader" /></div> anywhere on your Master Layout / Master page (you can download nice ajax loading images from http://ajaxload.info/). With this way, you will see that now for any ajax request in your web site or application, you will have the loading image appearing providing better user experience. What I’ve shown is several useful examples on how to simplify your Ajax code by using Global Ajax Handlers and the low-level AjaxSetup function.   • Is Berkeley DB a NoSQL solution?

    Berkeley DB is a library. To use it to store data you must link the library into your application. You can use most programming languages to access the API, the calls across these APIs generally mimic the Berkeley DB C-API which makes perfect sense because Berkeley DB is written in C. The inspiration for Berkeley DB was the DBM library, a part of the earliest versions of UNIX written by AT&T's Ken Thompson in 1979. DBM was a simple key/value hashtable-based storage library. In the early 1990s as BSD UNIX was transitioning from version 4.3 to 4.4 and retrofitting commercial code owned by AT&T with unencumbered code, it was the future founders of Sleepycat Software who wrote libdb (aka Berkeley DB) as the replacement for DBM. The problem it addressed was fast, reliable local key/value storage. At that time databases almost always lived on a single node, even the most sophisticated databases only had simple fail-over two node solutions. If you had a lot of data to store you would choose between the few commercial RDBMS solutions or to write your own custom solution. Berkeley DB took the headache out of the custom approach. These basic market forces inspired other DBM implementations. There was the "New DBM" (ndbm) and the "GNU DBM" (GDBM) and a few others, but the theme was the same. Even today TokyoCabinet calls itself "a modern implementation of DBM" mimicking, and improving on, something first created over thirty years ago. In the mid-1990s, DBM was the name for what you needed if you were looking for fast, reliable local storage. Fast forward to today. What's changed? Systems are connected over fast, very reliable networks. Disks are cheep, fast, and capable of storing huge amounts of data. CPUs continued to follow Moore's Law, processing power that filled a room in 1990 now fits in your pocket. PCs, servers, and other computers proliferated both in business and the personal markets. In addition to the new hardware entire markets, social systems, and new modes of interpersonal communication moved onto the web and started evolving rapidly. These changes cause a massive explosion of data and a need to analyze and understand that data. Taken together this resulted in an entirely different landscape for database storage, new solutions were needed. A number of novel solutions stepped up and eventually a category called NoSQL emerged. The new market forces inspired the CAP theorem and the heated debate of BASE vs. ACID. But in essence this was simply the market looking at what to trade off to meet these new demands. These new database systems shared many qualities in common. There were designed to address massive amounts of data, millions of requests per second, and scale out across multiple systems. The first large-scale and successful solution was Dynamo, Amazon's distributed key/value database. Dynamo essentially took the next logical step and added a twist. Dynamo was to be the database of record, it would be distributed, data would be partitioned across many nodes, and it would tolerate failure by avoiding single points of failure. Amazon did this because they recognized that the majority of the dynamic content they provided to customers visiting their web store front didn't require the services of an RDBMS. The queries were simple, key/value look-ups or simple range queries with only a few queries that required more complex joins. They set about to use relational technology only in places where it was the best solution for the task, places like accounting and order fulfillment, but not in the myriad of other situations. The success of Dynamo, and it's design, inspired the next generation of Non-SQL, distributed database solutions including Cassandra, Riak and Voldemort. The problem their designers set out to solve was, "reliability at massive scale" so the first focal point was distributed database algorithms. Underneath Dynamo there is a local transactional database; either Berkeley DB, Berkeley DB Java Edition, MySQL or an in-memory key/value data structure. Dynamo was an evolution of local key/value storage onto networks. Cassandra, Riak, and Voldemort all faced similar design decisions and one, Voldemort, choose Berkeley DB Java Edition for it's node-local storage. Riak at first was entirely in-memory, but has recently added write-once, append-only log-based on-disk storage similar type of storage as Berkeley DB except that it is based on a hash table which must reside entirely in-memory rather than a btree which can live in-memory or on disk. Berkeley DB evolved too, we added high availability (HA) and a replication manager that makes it easy to setup replica groups. Berkeley DB's replication doesn't partitioned the data, every node keeps an entire copy of the database. For consistency, there is a single node where writes are committed first - a master - then those changes are delivered to the replica nodes as log records. Applications can choose to wait until all nodes are consistent, or fire and forget allowing Berkeley DB to eventually become consistent. Berkeley DB's HA scales-out quite well for read-intensive applications and also effectively eliminates the central point of failure by allowing replica nodes to be elected (using a PAXOS algorithm) to mastership if the master should fail. This implementation covers a wide variety of use cases. MemcacheDB is a server that implements the Memcache network protocol but uses Berkeley DB for storage and HA to replicate the cache state across all the nodes in the cache group. Google Accounts, the user authentication layer for all Google properties, was until recently running Berkeley DB HA. That scaled to a globally distributed system. That said, most NoSQL solutions try to partition (shard) data across nodes in the replication group and some allow writes as well as reads at any node, Berkeley DB HA does not. So, is Berkeley DB a "NoSQL" solution? Not really, but it certainly is a component of many of the existing NoSQL solutions out there. Forgetting all the noise about how NoSQL solutions are complex distributed databases when you boil them down to a single node you still have to store the data to some form of stable local storage. DBMs solved that problem a long time ago. NoSQL has more to do with the layers on top of the DBM; the distributed, sometimes-consistent, partitioned, scale-out storage that manage key/value or document sets and generally have some form of simple HTTP/REST-style network API. Does Berkeley DB do that? Not really. Is Berkeley DB a "NoSQL" solution today? Nope, but it's the most robust solution on which to build such a system. Re-inventing the node-local data storage isn't easy. A lot of people are starting to come to appreciate the sophisticated features found in Berkeley DB, even mimic them in some cases. Could Berkeley DB grow into a NoSQL solution? Absolutely. Our key/value API could be extended over the net using any of a number of existing network protocols such as memcache or HTTP/REST. We could adapt our node-local data partitioning out over replicated nodes. We even have a nice query language and cost-based query optimizer in our BDB XML product that we could reuse were we to build out a document-based NoSQL-style product. XML and JSON are not so different that we couldn't adapt one to work with the other interchangeably. Without too much effort we could add what's missing, we could jump into this No SQL market withing a single product development cycle. Why isn't Berkeley DB already a NoSQL solution?   • Too Many Kittens To Juggle At Once

    Ahh, the Internet. That crazy, mixed up place where one tweet turns into a conversation between dozens of people and spawns a blogpost. This is the direct result of such an event this morning. It started innocently enough, with this: Then followed up by a blog post by Joel here. In the post, Joel introduces us to the term Business Solutions Architect with mad skillz like InfoPath, Access Services, Excel Services, building Workflows, and SSRS report creation, all while meeting the business needs of users in a SharePoint environment. I somewhat disagreed with Joel that this really wasn’t a new role (at least IMHO) and that a good Architect or BA should really be doing this job. As Joel pointed out when you’re building a SharePoint team this kind of role is often overlooked. Engineers might be able to build workflows but is the right workflow for the right problem? Michael Pisarek wrote about a SharePoint Business Architect a few months ago and it’s a pretty solid assessment. Again, I argue you really shouldn’t be looking for roles that don’t exist and I don’t suggest anyone create roles to hire people to fill them. That’s basically creating a solution looking for problems. Michael’s article does have some great points if you’re lost in the quagmire of SharePoint duties though (and I especially like John Ross’ quote “The coolest shit is worthless if it doesn’t meet business needs”). SharePoinTony summed it up nicely with “SharePoint Solutions knowledge is both lacking and underrated in most environments. Roles help”. Having someone on the team who can dance between a business user and a coder can be difficult. Remember the idea of telling something to someone and them passing it on to the next person. By the time the story comes round the circle it’s a shadow of it’s former self with little resemblance to the original tale. This is very much business requirements as they’re told by the user to a business analyst, written down on paper, read by an architect, tuned into a solution plan, and implemented by a developer. Transformations between what was said, what was heard, what was written down, and what was developed can be distant cousins. Not everyone has the skill of communication and even less have negotiation skills to suit the SharePoint platform. Negotiation is important because not everything can be (or should be) done in SharePoint. Sometimes it’s just not appropriate to build it on the SharePoint platform but someone needs to know enough about the platform and what limitations it might have, then communicate that (and/or negotiate) with a customer or user so it’s not about “You can’t have this” to “Let’s try it this way”. Visualize the possible instead of denying the impossible. So what is the right SharePoint team? My cromag brain came with a fairly simpleton answer (and I’m sure people will just say this is a cop-out). The perfect SharePoint team is just enough people to do the job that know the technology and business problem they’re solving. Bridge the gap between business need and technology platform and you have an architect. Communicate the needs of the business effectively so the entire team understands it and you have a business analyst. Can you get this with full time workers? Maybe but don’t expect miracles out of the gate. Also don’t take a consultant’s word as gospel. Some consultants just don’t have the diversity of the SharePoint platform to be worth their value so be careful. You really need someone who knows enough about SharePoint to be able to validate a consultants knowledge level. This is basically try for any consultant, not just a SharePoint one. Specialization is good and needed. A good, well-balanced SharePoint team is one of people that can solve problems with work with the technology, not against it. Having a top developer is great, but don’t rely on them to solve world hunger if they can’t communicate very well with users. An expert business analyst might be great at gathering requirements so the entire team can understand them, but if it means building 100% custom solutions because they don’t fit inside the SharePoint boundaries isn’t of much value. Just repeat. There is no silver bullet. There is no silver bullet. There is no silver bullet. A few people pointed out Nick Inglis’ article Excluding The Information Professional In SharePoint. It’s a good read too and hits home that maybe some developers and IT pros need some extra help in the information space. If you’re in an organization that needs labels on people, come up with something everyone understands and go with it. If that’s Business Solutions Architect, SharePoint Advisor, or Guy Who Knows A Lot About Portals, make it work for you. We all wish that one person could master all that is SharePoint but we also know that doesn’t scale very well and you quickly get into the hit-by-a-bus syndrome (with the organization coming to a full crawl when the guy or girl goes on vacation, gets sick, or pops out a baby). There are too many gaps in SharePoint knowledge to have any one person know it all and too many kittens to juggle all at once. We like to consider ourselves experts in our field, but trying to tackle too many roles at once and we end up being mediocre jack of all trades, master of none. Don't fall into this pit. It's a deep, dark hole you don't want to try to claw your way out of. Trust me. Been there. Done that. Got the t-shirt. In the end I don’t disagree with Joel. SharePoint is a beast and not something that should be taken on by newbies. If you just read “Teach Yourself SharePoint in 24 Hours” and want to go build your corporate intranet or the next killer business solution with all your new found knowledge plan to pony up consultant dollars a few months later when everything goes to Hell in a handbasket and falls over. I’m not saying don’t build solutions in SharePoint. I’m just saying that building effective ones takes skill like any craft and not something you can just cobble together with a little bit of cursory knowledge.   • CDN on Hosted Service in Windows Azure

    Yesterday I told Wang Tao, an annoying colleague sitting beside me, about how to make the static content enable the CDN in his website which had just been published on Windows Azure. The approach would be Move the static content, the images, CSS files, etc. into the blob storage. Enable the CDN on his storage account. Change the URL of those static files to the CDN URL. I think these are the very common steps when using CDN. But this morning I found that the new Windows Azure SDK 1.4 and new Windows Azure Developer Portal had just been published announced at the Windows Azure Blog. One of the new features in this release is about the CDN, which means we can enabled the CDN not only for a storage account, but a hosted service as well. Within this new feature the steps I mentioned above would be turned simpler a lot.   Enable CDN for Hosted Service To enable the CDN for a hosted service we just need to log on the Windows Azure Developer Portal. Under the “Hosted Services, Storage Accounts & CDN” item we will find a new menu on the left hand side said “CDN”, where we can manage the CDN for storage account and hosted service. As we can see the hosted services and storage accounts are all listed in my subscriptions. To enable a CDN for a hosted service is veru simple, just select a hosted service and click the New Endpoint button on top. In this dialog we can select the subscription and the storage account, or the hosted service we want the CDN to be enabled. If we selected the hosted service, like I did in the image above, the “Source URL for the CDN endpoint” will be shown automatically. This means the windows azure platform will make all contents under the “/cdn” folder as CDN enabled. But we cannot change the value at the moment. The following 3 checkboxes next to the URL are: Enable CDN: Enable or disable the CDN. HTTPS: If we need to use HTTPS connections check it. Query String: If we are caching content from a hosted service and we are using query strings to specify the content to be retrieved, check it. Just click the “Create” button to let the windows azure create the CDN for our hosted service. The CDN would be available within 60 minutes as Microsoft mentioned. My experience is that about 15 minutes the CDN could be used and we can find the CDN URL in the portal as well.   Put the Content in CDN in Hosted Service Let’s create a simple windows azure project in Visual Studio with a MVC 2 Web Role. When we created the CDN mentioned above the source URL of CDN endpoint would be under the “/cdn” folder. So in the Visual Studio we create a folder under the website named “cdn” and put some static files there. Then all these files would be cached by CDN if we use the CDN endpoint. The CDN of the hosted service can cache some kind of “dynamic” result with the Query String feature enabled. We create a controller named CdnController and a GetNumber action in it. The routed URL of this controller would be /Cdn/GetNumber which can be CDN-ed as well since the URL said it’s under the “/cdn” folder. In the GetNumber action we just put a number value which specified by parameter into the view model, then the URL could be like /Cdn/GetNumber?number=2. 1: using System; 2: using System.Collections.Generic; 3: using System.Linq; 4: using System.Web; 5: using System.Web.Mvc; 6:  7: namespace MvcWebRole1.Controllers 8: { 9: public class CdnController : Controller 10: { 11: // 12: // GET: /Cdn/ 13:  14: public ActionResult GetNumber(int number) 15: { 16: return View(number); 17: } 18:  19: } 20: } And we add a view to display the number which is super simple. 1: <%@ Page Title="" Language="C#" MasterPageFile="~/Views/Shared/Site.Master" Inherits="System.Web.Mvc.ViewPage<int>" %> 2:  3: <asp:Content ID="Content1" ContentPlaceHolderID="TitleContent" runat="server"> 4: GetNumber 5: </asp:Content> 6:  7: <asp:Content ID="Content2" ContentPlaceHolderID="MainContent" runat="server"> 8:  9: <h2>The number is: <% 1: : Model.ToString() %></h2> 10:  11: </asp:Content> Since this action is under the CdnController the URL would be under the “/cdn” folder which means it can be CDN-ed. And since we checked the “Query String” the content of this dynamic page will be cached by its query string. So if I use the CDN URL, http://az25311.vo.msecnd.net/GetNumber?number=2, the CDN will firstly check if there’s any content cached with the key “GetNumber?number=2”. If yes then the CDN will return the content directly; otherwise it will connect to the hosted service, http://aurora-sys.cloudapp.net/Cdn/GetNumber?number=2, and then send the result back to the browser and cached in CDN. But to be notice that the query string are treated as string when used by the key of CDN element. This means the URLs below would be cached in 2 elements in CDN: http://az25311.vo.msecnd.net/GetNumber?number=2&page=1 http://az25311.vo.msecnd.net/GetNumber?page=1&number=2 The final step is to upload the project onto azure. Test the Hosted Service CDN After published the project on azure, we can use the CDN in the website. The CDN endpoint we had created is az25311.vo.msecnd.net so all files under the “/cdn” folder can be requested with it. Let’s have a try on the sample.htm and c_great_wall.jpg static files. Also we can request the dynamic page GetNumber with the query string with the CDN endpoint. And if we refresh this page it will be shown very quickly since the content comes from the CDN without MCV server side process. We style of this page was missing. This is because the CSS file was not includes in the “/cdn” folder so the page cannot retrieve the CSS file from the CDN URL.   Summary In this post I introduced the new feature in Windows Azure CDN with the release of Windows Azure SDK 1.4 and new Developer Portal. With the CDN of the Hosted Service we can just put the static resources under a “/cdn” folder so that the CDN can cache them automatically and no need to put then into the blob storage. Also it support caching the dynamic content with the Query String feature. So that we can cache some parts of the web page by using the UserController and CDN.   • Service Broker, not ETL

    I have been very quiet on this blog of late and one reason for that is I have been very busy on a client project that I would like to talk about a little here. The client that I have been working for has a website that runs on a distributed architecture utilising a messaging infrastructure for communication between different endpoints. My brief was to build a system that could consume these messages and produce analytical information in near-real-time. More specifically I basically had to deliver a data warehouse however it was the real-time aspect of the project that really intrigued me. This real-time requirement meant that using an Extract transformation, Load (ETL) tool was out of the question and so I had no choice but to write T-SQL code (i.e. stored-procedures) to process the incoming messages and load the data into the data warehouse. This concerned me though – I had no way to control the rate at which data would arrive into the system yet we were going to have end-users querying the system at the same time that those messages were arriving; the potential for contention in such a scenario was pretty high and and was something I wanted to minimise as much as possible. Moreover I did not want the processing of data inside the data warehouse to have any impact on the customer-facing website. As you have probably guessed from the title of this blog post this is where Service Broker stepped in! For those that have not heard of it Service Broker is a queuing technology that has been built into SQL Server since SQL Server 2005. It provides a number of features however the one that was of interest to me was the fact that it facilitates asynchronous data processing which, in layman’s terms, means the ability to process some data without requiring the system that supplied the data having to wait for the response. That was a crucial feature because on this project the customer-facing website (in effect an OLTP system) would be calling one of our stored procedures with each message – we did not want to cause the OLTP system to wait on us every time we processed one of those messages. This asynchronous nature also helps to alleviate the contention problem because the asynchronous processing activity is handled just like any other task in the database engine and hence can wait on another task (such as an end-user query). Service Broker it was then! The stored procedure called by the OLTP system would simply put the message onto a queue and we would use a feature called activation to pick each message off the queue in turn and process it into the warehouse. At the time of writing the system is not yet up to full capacity but so far everything seems to be working OK (touch wood) and crucially our users are seeing data in near-real-time. By near-real-time I am talking about latencies of a few minutes at most and to someone like me who is used to building systems that have overnight latencies that is a huge step forward! So then, am I advocating that you all go out and dump your ETL tools? Of course not, no! What this project has taught me though is that in certain scenarios there may be better ways to implement a data warehouse system then the traditional “load data in overnight” approach that we are all used to. Moreover I have really enjoyed getting to grips with a new technology and even if you don’t want to use Service Broker you might want to consider asynchronous messaging architectures for your BI/data warehousing solutions in the future. This has been a very high level overview of my use of Service Broker and I have deliberately left out much of the minutiae of what has been a very challenging implementation. Nonetheless I hope I have caused you to reflect upon your own approaches to BI and question whether other approaches may be more tenable. All comments and questions gratefully received!   • Configuration "diff" across Oracle WebCenter Sites instances

    Problem Statement With many Oracle WebCenter Sites environments - how do you know if the various configuration assets and settings are in sync across all of those environments? Background At Oracle we typically have a "W" shaped set of environments.  For the "Production" environments we typically have a disaster recovery clone as well and sometimes additional QA environments alongside the production management environment. In the case of www.java.com we have 10 different environments. All configuration assets/settings (CSElements, Templates, Start Menus etc..) start life on the Development Management environment and are then published downstream to other environments as part of the software development lifecycle. Ensuring that each of these 10 environments has the same set of Templates, CSElements, StartMenus, TreeTabs etc.. is impossible to do efficiently without automation. Solution Summary  The solution comprises of two components. A JSON data feed from each environment. A simple HTML page that consumes these JSON data feeds.  Data Feed: Create a JSON WebService on each environment. The WebService is no more than a SiteEntry + CSElement. The CSElement queries various DB tables to obtain details of the assets/settings returning this data in a JSON feed. Report: Create a simple HTML page that uses JQuery to fetch the JSON feed from each environment and display the results in a table. Since all assets (CSElements, Templates etc..) are published between environments they will have the same last modified date. If the last modified date of an asset is different in the JSON feed or is mising from an environment entirely then highlight that in the report table. Example Solution Details Step 1: Create a Site Entry + CSElement that outputs JSON Site Entry & CSElement Setup  The SiteEntry should be uncached so that the most recent configuration information is returned at all times. In the CSElement set the contenttype accordingly: Step 2: Write the CSElement Logic The basic logic, that we repeat for each asset or setting that we are interested in, is to query the DB using <ics:sql> and then loop over the resultset with <ics:listloop>. For example: <ics:sql sql="SELECT name,updateddate FROM Template WHERE status != 'VO'" listname="TemplateList" table="Template" /> "templates": [ <ics:listloop listname="TemplateList"> {"name":"<ics:listget listname="TemplateList"  fieldname="name"/>", "modified":"<ics:listget listname="TemplateList"  fieldname="updateddate"/>"}, </ics:listloop> ], A comprehensive list of SQL queries to fetch each configuration asset/settings can be seen in the appendix at the end of this article. For the generation of the JSON data structure you could use Jettison (the library ships with the 11.1.1.8 version of the product), native Java 7 capabilities or (as the above example demonstrates) you could roll-your-own JSON output but that is not advised.   • MVC Portable Area Modules *Without* MasterPages

    Portable Areas from MvcContrib provide a great way to build modular and composite applications on top of MVC. In short, portable areas provide a way to distribute MVC binary components as simple .NET assemblies where the aspx/ascx files are actually compiled into the assembly as embedded resources. I’ve blogged about Portable Areas in the past including this post here which talks about embedding resources and you can read more of an intro to Portable Areas here. As great as Portable Areas are, the question that seems to come up the most is: what about MasterPages? MasterPages seems to be the one thing that doesn’t work elegantly with portable areas because you specify the MasterPage in the @Page directive and it won’t use the same mechanism of the view engine so you can’t just embed them as resources. This means that you end up referencing a MasterPage that exists in the host application but not in your portable area. If you name the ContentPlaceHolderId’s correctly, it will work – but it all seems a little fragile. Ultimately, what I want is to be able to build a portable area as a module which has no knowledge of the host application. I want to be able to invoke the module by a full route on the user’s browser and it gets invoked and “automatically appears” inside the application’s visual chrome just like a MasterPage. So how could we accomplish this with portable areas? With this question in mind, I looked around at what other people are doing to address similar problems. Specifically, I immediately looked at how the Orchard team is handling this and I found it very compelling. Basically Orchard has its own custom layout/theme framework (utilizing a custom view engine) that allows you to build your module without any regard to the host. You simply decorate your controller with the [Themed] attribute and it will render with the outer chrome around it: 1: [Themed] 2: public class HomeController : Controller Here is the slide from the Orchard talk at this year MIX conference which shows how it conceptually works:   It’s pretty cool stuff.  So I figure, it must not be too difficult to incorporate this into the portable areas view engine as an optional piece of functionality. In fact, I’ll even simplify it a little – rather than have 1) Document.aspx, 2) Layout.ascx, and 3) <view>.ascx (as shown in the picture above); I’ll just have the outer page be “Chrome.aspx” and then the specific view in question. The Chrome.aspx not only takes the place of the MasterPage, but now since we’re no longer constrained by the MasterPage infrastructure, we have the choice of the Chrome.aspx living in the host or inside the portable areas as another embedded resource! Disclaimer: credit where credit is due – much of the code from this post is me re-purposing the Orchard code to suit my needs. To avoid confusion with Orchard, I’m going to refer to my implementation (which will be based on theirs) as a Chrome rather than a Theme. One approach is the copy/paste the HTML from the typical Site.Master and change the main content placeholder to use the HTML helper above – this way, there are no MasterPages anywhere. Now when I run the app, I can request the full route (notice the controller name of “widget” in the address bar below) and the HTML from my Index.ascx will just appear where it is supposed to.   This means no more warnings for missing MasterPages and no more need for your module to have knowledge of the host’s MasterPage placeholders. You have the option of using the Chrome.aspx in the host or providing your own while embedding it as an embedded resource itself. I’m curious to know what people think of this approach. The code above was done with my own local copy of MvcContrib so it’s not currently something you can download. At this point, these are just my initial thoughts – just incorporating some ideas for Orchard into non-Orchard apps to enable building modular/composite apps more easily. Additionally, on the flip side, I still believe that Portable Areas have potential as the module packaging story for Orchard itself.   What do you think?

  • Agile Like Jazz

    (I’ve been sitting on this for a week or so now, thinking that it needed to be tightened up a bit to make it less rambling. Since that’s clearly not going to happen, reader beware!) I had the privilege of spending around 90 minutes last night sitting and listening to Sonny Rollins play a concert at the Disney Center in LA. If you don’t know who Sonny Rollins is, I don’t know how to explain the experience; if you know who he is, I don’t need to. Suffice it to say that he has been recording professionally for over 50 years, and helped create an entire genre of music. A true master by any definition. One of the most intriguing aspects of a concert like this, however, is watching the master step aside and let the rest of the musicians play. Not just play their parts, but really play… letting them take over the spotlight, to strut their stuff, to soak up enthusiastic applause from the crowd. Maybe a lot of it has to do with the fact that Sonny Rollins has been doing this for more than a half-century. Maybe it has something to do with a kind of patience you learn when you’re on the far side of 80 – and the man can still blow a mean sax for 90 minutes without stopping! Maybe it has to do with the fact that he was out there for the love of the music and the love of the show, not because he had anything to prove to anyone and, I like to think, not for the money. Perhaps it had more to do with the fact that, when you’re at that level of mastery, the other musicians are going to be good. Really good. Whatever the reasons, there was a incredible freedom on that stage – the ability to improvise, for each musician to showcase their own specialization and skills, and them come back to the common theme, back to being on the same page, as it were. All this took place in the same venue that is home to the L.A. Phil. Somehow, I can’t ever see the same kind of free-wheeling improvisation happening in that context. And, since I’m a geek, I started thinking about agility. Rollins has put together a quintet that reflects his own particular style and past. No upright bass or piano for Rollins – drums, bongos, electric guitar and bass guitar along with his sax. It’s not about the mix of instruments. Other trios, quartets, and sextets use different mixes of instruments. New Orleans jazz tends towards trombones instead of sax; some prefer cornet or trumpet. But no matter what the choice of instruments, size matters. Team sizes are something I’ve been thinking about for a while. We’re on a quest to rethink how our teams are organized. They just feel too big, too unwieldy. In fact, they really don’t feel like teams at all. Most of the time, they feel more like collections or people who happen to report to the same manager. I attribute this to a couple factors. One is over-specialization; we have a tendency to have people work in silos. Although the teams are product-focused, within them our developers are both generalists and specialists. On the one hand, we expect them to be able to build an entire vertical slice of the application; on the other hand, each developer tends to be responsible for the vertical slice. As a result, developers often work on their own piece of the puzzle, in isolation. This sort of feels like working on a jigsaw in a group – each person taking a set of colors and piecing them together to reveal a portion of the overall picture. But what inevitably happens when you go to meld all those pieces together? Inevitably, you have some sections that are too big to move easily. These sections end up falling apart under their own weight as you try to move them. Not only that, but there are other challenges – figuring out where that section fits, and how to tie it into the rest of the puzzle. Often, this is when you find a few pieces need to be added – these pieces are “glue,” if you will. The other issue that arises is due to the overhead of maintaining communications in a team. My mother, who worked in IT for around 30 years, once told me that 20% per team member is a good rule of thumb for maintaining communication. While this is a rule of thumb, it seems to imply that any team over about 6 people is going to become less agile simple because of the communications burden. Teams of ten or twelve seem like they fall into the philharmonic organizational model. Complicated pieces of music requiring dozens of players to all be on the same page requires a much different model than the jazz quintet. There’s much less room for improvisation, originality or freedom. (There are probably orchestral musicians who will take exception to this characterization; I’m calling it like I see it from the cheap seats.) And, there’s one guy up front who is running the show, whose job is to keep all of those dozens of players on the same page, to facilitate communications. Somehow, the orchestral model doesn’t feel much like a self-organizing team, either. The first violin may be the best violinist in the orchestra, but they don’t get to perform free-wheeling solos. I’ve never heard of an orchestra getting together for a jam session. But I have heard of teams that organize their work based on the developers available, rather than organizing the developers based on the work required. I have heard of teams where desired functionality is deferred – or worse yet, schedules are missed – because one critical person doesn’t have any bandwidth available. I’ve heard of teams where people simply don’t have the big picture, because there is too much communication overhead for everyone to be aware of everything that is happening on a project. I once heard Paul Rayner say something to the effect of “you have a process that is perfectly designed to give you exactly the results you have.” Given a choice, I want a process that’s much more like jazz than orchestral music. I want a process that doesn’t burden me with lots of forms and checkboxes and stuff. Give me the simplest, most lightweight process that will work – and a smaller team of the best developers I can find. This seems like the kind of process that will get the kind of result I want to be part of.

  • The Faces in the Crowdsourcing

    By Jeff Sauro, Principal Usability Engineer, Oracle Imagine having access to a global workforce of hundreds of thousands of people who can perform tasks or provide feedback on a design quickly and almost immediately. Distributing simple tasks not easily done by computers to the masses is called "crowdsourcing" and until recently was an interesting concept, but due to practical constraints wasn't used often. Enter Amazon.com. For five years, Amazon has hosted a service called Mechanical Turk, which provides an easy interface to the crowds. The service has almost half a million registered, global users performing a quarter of a million human intelligence tasks (HITs). HITs are submitted by individuals and companies in the U.S. and pay from $.01 for simple tasks (such as determining if a picture is offensive) to several dollars (for tasks like transcribing audio). What do we know about the people who toil away in this digital crowd? Can we rely on the work done in this anonymous marketplace? A rendering of the actual Mechanical Turk (from Wikipedia) Knowing who is behind Amazon's Mechanical Turk is fitting, considering the history of the actual Mechanical Turk. In the late 1800's, a mechanical chess-playing machine awed crowds as it beat master chess players in what was thought to be a mechanical miracle. It turned out that the creator, Wolfgang von Kempelen, had a small person (also a chess master) hiding inside the machine operating the arms to provide the illusion of automation. The field of human computer interaction (HCI) is quite familiar with gathering user input and incorporating it into all stages of the design process. It makes sense then that Mechanical Turk was a popular discussion topic at the recent Computer Human Interaction usability conference sponsored by the Association for Computing Machinery in Atlanta. It is already being used as a source for input on Web sites (for example, Feedbackarmy.com) and behavioral research studies. Two papers shed some light on the faces in this crowd. One paper tells us about the shifting demographics from mostly stay-at-home moms to young men in India. The second paper discusses the reliability and quality of work from the workers. Just who exactly would spend time doing tasks for pennies? In "Who are the crowdworkers?" University of California researchers Ross, Silberman, Zaldivar and Tomlinson conducted a survey of Mechanical Turk worker demographics and compared it to a similar survey done two years before. The initial survey reported workers consisting largely of young, well-educated women living in the U.S. with annual household incomes above $40,000. The more recent survey reveals a shift in demographics largely driven by an influx of workers from India. Indian workers went from 5% to over 30% of the crowd, and this block is largely male (two-thirds) with a higher average education than U.S. workers, and 64% report an annual income of less than $10,000 (keeping in mind $1 has a lot more purchasing power in India). This shifting demographic certainly has implications as language and culture can play critical roles in the outcome of HITs. Of course, the demographic data came from paying Turkers $.10 to fill out a survey, so there is some question about both a self-selection bias (characteristics which cause Turks to take this survey may be unrepresentative of the larger population), not to mention whether we can really trust the data we get from the crowd. Crowds can perform tasks or provide feedback on a design quickly and almost immediately for usability testing. (Photo attributed to victoriapeckham Flikr While having immediate access to a global workforce is nice, one major problem with Mechanical Turk is the incentive structure. Individuals and companies that deploy HITs want quality responses for a low price. Workers, on the other hand, want to complete the task and get paid as quickly as possible, so that they can get on to the next task. Since many HITs on Mechanical Turk are surveys, how valid and reliable are these results? How do we know whether workers are just rushing through the multiple-choice responses haphazardly answering? In "Are your participants gaming the system?" researchers at Carnegie Mellon (Downs, Holbrook, Sheng and Cranor) set up an experiment to find out what percentage of their workers were just in it for the money. The authors set up a 30-minute HIT (one of the more lengthy ones for Mechanical Turk) and offered a very high $4 to those who qualified and $.20 to those who did not. As part of the HIT, workers were asked to read an email and respond to two questions that determined whether workers were likely rushing through the HIT and not answering conscientiously. One question was simple and took little effort, while the second question required a bit more work to find the answer. Workers were led to believe other factors than these two questions were the qualifying aspect of the HIT. Of the 2000 participants, roughly 1200 (or 61%) answered both questions correctly. Eighty-eight percent answered the easy question correctly, and 64% answered the difficult question correctly. In other words, about 12% of the crowd were gaming the system, not paying enough attention to the question or making careless errors. Up to about 40% won't put in more than a modest effort to get paid for a HIT. Young men and those that considered themselves in the financial industry tended to be the most likely to try to game the system. There wasn't a breakdown by country, but given the demographic information from the first article, we could infer that many of these young men come from India, which makes language and other cultural differences a factor. These articles raise questions about the role of crowdsourcing as a means for getting quick user input at low cost. While compensating users for their time is nothing new, the incentive structure and anonymity of Mechanical Turk raises some interesting questions. How complex of a task can we ask of the crowd, and how much should these workers be paid? Can we rely on the information we get from these professional users, and if so, how can we best incorporate it into designing more usable products? Traditional usability testing will still play a central role in enterprise software. Crowdsourcing doesn't replace testing; instead, it makes certain parts of gathering user feedback easier. One can turn to the crowd for simple tasks that don't require specialized skills and get a lot of data fast. As more studies are conducted on Mechanical Turk, I suspect we will see crowdsourcing playing an increasing role in human computer interaction and enterprise computing. References: Downs, J.   • Maintenance plans love story

    There are about 200 QA and DEV SQL Servers out there.  There is a maintenance plan on many of them that performs a backup of all databases and removes the backup history files. First of all, I must admit that I’m no big fan of maintenance plans in particular or the SSIS packages in general.  In this specific case, if I ever need to change anything in the way backup is performed, such as the compression feature or perform some other change, I have to open each plan one by one. This is quite a pain. Therefore, I have decided to replace the maintenance plans with a stored procedure that will perform exactly the same thing.  Having such a procedure will allow me to open multiple server connections and just execute an ALTER PROCEDURE whenever I need to change anything in it. There is nothing like good ole T-SQL. The first challenge was to remove the unneeded maintenance plans. Of course, I didn’t want to do it server by server.  I found the procedure msdb.dbo.sp_maintplan_delete_plan, but it only has a parameter for the maintenance plan id and it has no other parameters, like plan name, which would have been much more useful. Now I needed to find the table that holds all maintenance plans on the server. You would think that it would be msdb.dbo.sysdbmaintplans but, unfortunately, regardless of the number of maintenance plans on the instance, it contains just one row.    After a while I found another table: msdb.dbo.sysmaintplan_subplans. It contains the plan id that I was looking for, in the plan_id column and well as the agent’s job id which is executing the plan’s package: That was all I needed and the rest turned out to be quite easy.  Here is a script that can be executed against hundreds of servers from a multi-server query window to drop the specific maintenance plans.     OIM 11g has introduced an improved and template based Notifications framework. New release has removed the limitation of sending text based emails (out-of-the-box emails) and enhanced to support html features. New release provides in-built out-of-the-box templates for events like 'Reset Password', 'Create User Self Service' , ‘User Deleted' etc. Also provides new APIs to support custom templates to send notifications out of OIM. OIM notification framework supports notification mechanism based on events, notification templates and template resolver. They are defined as follows: Ø Events are defined as XML file and imported as part of MDS database in order to make notification event available for use. Ø Notification templates are created using OIM advance administration console. The template contains the text and the substitution 'variables' which will be replaced with the data provided by the template resolver. Templates support internationalization and can be defined as HTML or in form of simple text. Ø Template resolver is a Java class that is responsible to provide attributes and data to be used at runtime and design time. It must be deployed following the OIM plug-in framework. Resolver data provided at design time is to be used by end user to design notification template with available entity variables and it also provides data at runtime to replace the designed variable with value to be displayed to recipients. Steps to define custom notifications in OIM 11g are: Steps# Steps 1. Define the Notification Event 2. Create the Custom Template Resolver class 3. Notification Event metadata The Notification Event is defined as XML file which need to be imported into MDS database. In other words, this element defines the static data to be displayed when notification is to be configured. An example of static data is the User entity, which is not dependent on any other data and has the same set of attributes for all event instances and notification templates. Available attributes are used to be defined as substitution tokens in the template. 5. Attribute tag is child tag for StaticData to declare the entity and its data type with unique reference name. User entity is most commonly used Entity as StaticData. 6. StaticData closing tag 7. Resolver tag defines the resolver class. The Resolver class must be defined for each notification. It defines what parameters are available in the notification creation screen and how those parameters are replaced when the notification is to be sent. Resolver class resolves the data dynamically at run time and displays the attributes in the UI. 8. The Param DataType element lists a set of parameters which allow user to add parameters that are data dependent. An example of the data dependent or a dynamic entity is a resource object which user can select at run time. A notification template is to be configured for the resource object. Corresponding to the resource object field, a lookup is displayed on the UI. When a user selects the event the call goes to the Resolver class provided to fetch the fields that are displayed in the Available Data list, from which user can select the attribute to be used on the template. Param tag is child tag to declare the entity and its data type with unique reference name. 9. Resolver closing tag 10 EventType closing tag 11. Events closing tag Note: - DataType needs to be declared as “X2-Entity” for User entity and “91-Entity” for Resource or Organization entities. The dynamic entities supported for lookup are user, resource, and organization. Once notification event metadata is defined, need to be imported into MDS database. Fully qualified resolver class name need to be define for XML but do not need to load the class in OIM yet (it can be loaded later). 2. Coding the notification resolver All event owners have to provide a resolver class which would resolve the data dynamically at run time. Custom resolver class must implement the interface oracle.iam.notification.impl.NotificationEventResolver and override the implemented methods with actual implementation. It has 2 methods: S# Methods Descriptions 1. public List<NotificationAttribute> getAvailableData(String eventType, Map<String, Object> params); This API will return the list of available data variables. These variables will be available on the UI while creating/modifying the Templates and would let user select the variables so that they can be embedded as a token as part of the Messages on the template. These tokens are replaced by the value passed by the resolver class at run time. Available data is displayed in a list. The parameter "eventType" specifies the event Name for which template is to be read.The parameter "params" is the map which has the entity name and the corresponding value for which available data is to be fetched. The parameter "eventType" specifies the event Name for which template is to be read.The parameter "params" is the map which has the base values such as usr_key, obj_key etc required by the resolver implementation to resolve the rest of the variables in the template. Defining the template To create a notification template: Log in to the Oracle Identity Administration Click the System Management tab and then click the Notification tab From the Actions list on the left pane, select Create On the Create page, enter values for the following fields under the Template Information section: Template Name: Demo template Description Text: Demo template Under the Event Details section, perform the following: From the Available Event list, select the event for which the notification template is to be created from a list of available events. Depending on your selection, other fields are displayed in the Event Details section. Note that the template Sample Notification Event created in the previous step being used as the notification event. The contents of the Available Data drop down are based on the event XML StaticData tag, the drop down basically lists all the attributes of the entities defined in that tag. Once you select an element in the drop down, it will show up in the Selected Data text field and then you can just copy it and paste it into either the message subject or the message body fields prefixing $ symbol. Example if list has attribute like First_Name then message body will contains this as $First_Name which resolver will parse and replace it with actual value at runtime. In the Resource field, select a resource from the lookup. This is the dynamic data defined by the Param DataType element in the XML definition. Based on selected resource getAvailableData method of resolver will be called to fetch the resource object attribute detail, if method is overridden with required implementation. For current scenario, Map<String, Object> params will get populated with object key as value and key as “resource” in the map. This is the only input will be provided to resolver at design time. You need to implement the further logic to fetch the object attributes detail to populate the available Data list. List string should not have space in between, if object attributes has space for attribute name then implement logic to replace the space with ‘_’ before populating the list. Example if attribute name is “First Name” then make it “First_Name” and populate the list. Space is not supported while you try to parse and replace the token at run time with real value. Make a note that the Available Data and Selected Data are used in the substitution tokens definition only, they do not define the final data that will be sent in the notification. OIM will invoke the resolver class to get the data and make the substitutions. Under the Locale Information section, enter values in the following fields: To specify a form of encoding, select either UTF-8 or ASCII. In the Message Subject field, enter a subject for the notification. From the Type options, select the data type in which you want to send the message. You can choose between HTML and Text/Plain. In the Short Message field, enter a gist of the message in very few words. In the Long Message field, enter the message that will be sent as the notification with Available data token which need to be replaced by resolver at runtime. After you have entered the required values in all the fields, click Save. A message is displayed confirming the creation of the notification template. Click OK 4. Triggering the event A notification event can be triggered from different places in OIM. The logic behind the triggering must be coded and plugged into OIM.   • Enterprise Process Maps: A Process Picture worth a Million Words

In relation to Business Process Management (BPM), a credible analyst might have a few questions. What if the picture was taken from some particular angle, like directly overhead? What if it was taken from only an inch away or a mile away? What if the photographer did not focus the camera correctly? Does the value of the picture depend on who is looking at it? Enterprise Process Maps are analogous in this sense of relative value. Every BPM project (holistic BPM kick-off, enterprise system implementation, Service-oriented Architecture, business process transformation, corporate performance management, etc.) should be begin with a clear understanding of the business environment, from the biggest picture representations down to the lowest level required or desired for the particular project type, scope and objectives. The Enterprise Process Map serves as an entry point for the process architecture and is defined: the single highest level of process mapping for an organization. It is constructed and evaluated during the Strategy Phase of the Business Process Management Lifecycle. (see Figure 1) Fig. 1: Business Process Management Lifecycle Many organizations view such maps as visual abstractions, constructed for the single purpose of process categorization. This, in turn, results in a lesser focus on the inherent intricacies of the Enterprise Process view, which are explored in the course of this paper. With the main focus of a large scale process documentation effort usually underlying an ERP or other system implementation, it is common for the work to be driven by the desire to "get to the details," and to the type of modeling that will derive near-term tangible results. For instance, a project in American Pharmaceutical Company X is driven by the Director of IT. With 120+ systems in place, and a lack of standardized processes across the United States, he and the VP of IT have decided to embark on a long-term ERP implementation. At the forethought of both are questions, such as: How does my application architecture map to the business? What are each application's functionalities, and where do the business processes utilize them? Where can we retire legacy systems? Well-developed BPM methodologies prescribe numerous model types to capture such information and allow for thorough analysis in these areas. Process to application maps, Event Driven Process Chains, etc. provide this level of detail and facilitate the completion of such project-specific questions. These models and such analysis are appropriately carried out at a relatively low level of process detail. (see figure 2) Fig. 2: The Level Concept, Generic Process HierarchySome of the questions remaining are ones of documentation longevity, the continuation of BPM practice in the organization, process governance and ownership, process transparency and clarity in business process objectives and strategy. The Level Concept in Brief Figure 2 shows a generic, four-level process hierarchy depicting the breakdown of a "Process Area" into progressively more detailed process classifications. The number of levels and the names of these levels are flexible, and can be fit to the standards of the organization's chosen terminology or any other chosen reference model that makes logical sense for both short and long term process description. It is at Level 1 (in this case the Process Area level), that the Enterprise Process Map is created. This map and its contained objects become the foundation for a top-down approach to subsequent mapping, object relationship development, and analysis of the organization's processes and its supporting infrastructure. Additionally, this picture serves as a communication device, at an executive level, describing the design of the business in its service to a customer. It seems, then, imperative that the process development effort, and this map, start off on the right foot. Figuring out just what that right foot is, however, is critical and trend-setting in an evolving organization. Key Considerations Enterprise Process Maps are usually not as living and breathing as other process maps. Just as it would be an extremely difficult task to change the foundation of the Sears Tower or a city plan for the entire city of Chicago, the Enterprise Process view of an organization usually remains unchanged once developed (unless, of course, an organization is at a stage where it is capable of true, high-level process innovation). Regardless, the Enterprise Process map is a key first step, and one that must be taken in a precise way. What makes this groundwork solid depends on not only the materials used to construct it (process areas), but also the layout plan and knowledge base of what will be built (the entire process architecture). It seems reasonable that care and consideration are required to create this critical high level map... but what are the important factors? Does the process modeler need to worry about how many process areas there are? About who is looking at it? Should he only use the color pink because it's his boss' favorite color? Interestingly, and perhaps surprisingly, these are all valid considerations that may just require a bit of structure. Below are Three Key Factors to consider when building an Enterprise Process Map: Company Strategic Focus Process Categorization: Customer is Core End-to-end versus Functional Processes Company Strategic Focus As mentioned above, the Enterprise Process Map is created during the Strategy Phase of the Business Process Management Lifecycle. From Oracle Business Process Management methodology for business transformation, it is apparent that business processes exist for the purpose of achieving the strategic objectives of an organization. In a prescribed, top-down approach to process development, it must be ensured that each process fulfills its objectives, and in an aggregated manner, drives fulfillment of the strategic objectives of the company, whether for particular business segments or in a broader sense. This is a crucial point, as the strategic messages of the company must therefore resound in its process maps, in particular one that spans the processes of the complete business: the Enterprise Process Map. One simple example from Company X is shown below (see figure 3). Fig. 3: Company X Enterprise Process Map In reviewing Company X's Enterprise Process Map, one can immediately begin to understand the general strategic mindset of the organization. It shows that Company X is focused on its customers, defining 10 of its process areas belonging to customer-focused categories. Additionally, the organization views these end-customer-oriented process areas as part of customer-fulfilling value chains, while support process areas do not provide as much contiguous value. However, by including both support and strategic process categorizations, it becomes apparent that all processes are considered vital to the success of the customer-oriented focus processes. Below is an example from Company Y (see figure 4). Fig. 4: Company Y Enterprise Process Map Company Y, although also a customer-oriented company, sends a differently focused message with its depiction of the Enterprise Process Map. Along the top of the map is the company's product tree, overarching the process areas, which when executed deliver the products themselves. This indicates one strategic objective of excellence in product quality. Additionally, the view represents a less linear value chain, with strong overlaps of the various process areas. Marketing and quality management are seen as a key support processes, as they span the process lifecycle. Often, companies may incorporate graphics, logos and symbols representing customers and suppliers, and other objects to truly send the strategic message to the business. Other times, Enterprise Process Maps may show high level of responsibility to organizational units, or the application types that support the process areas. It is possible that hundreds of formats and focuses can be applied to an Enterprise Process Map. What is of vital importance, however, is which formats and focuses are chosen to truly represent the direction of the company, and serve as a driver for focusing the business on the strategic objectives set forth in that right. Process Categorization: Customer is Core In the previous two examples, processes were grouped using differing categories and techniques. Company X showed one support and three customer process categorizations using encompassing chevron objects; Customer Y achieved a less distinct categorization using a gradual color scheme. Either way, and in general, modeling of the process areas becomes even more valuable and easily understood within the context of business categorization, be it strategic or otherwise. But how one categorizes their processes is typically more complex than simply choosing object shapes and colors. Previously, it was stated that the ideal is a prescribed top-down approach to developing processes, to make certain linkages all the way back up to corporate strategy. But what about external influences? What forces push and pull corporate strategy? Industry maturity, product lifecycle, market profitability, competition, etc. can all drive the critical success factors of a particular business segment, or the company as a whole, in addition to previous corporate strategy. This may seem to be turning into a discussion of theory, but that is far from the case. In fact, in years of recent study and evolution of the way businesses operate, cross-industry and across the globe, one invariable has surfaced with such strength to make it undeniable in the game plan of any strategy fit for survival. That constant is the customer. Many of a company's critical success factors, in any business segment, relate to the customer: customer retention, satisfaction, loyalty, etc. Businesses serve customers, and so do a business's processes, mapped or unmapped. The most effective way to categorize processes is in a manner that visualizes convergence to what is core for a company. It is the value chain, beginning with the customer in mind, and ending with the fulfillment of that customer, that becomes the core or the centerpiece of the Enterprise Process Map. (See figure 5) Fig. 5: Company Z Enterprise Process Map Company Z has what may be viewed as several different perspectives or "cuts" baked into their Enterprise Process Map. It has divided its processes into three main categories (top, middle, and bottom) of Management Processes, the Core Value Chain and Supporting Processes. The Core category begins with Corporate Marketing (which contains the activities of beginning to engage customers) and ends with Customer Service Management. Within the value chain, this company has divided into the focus areas of their two primary business lines, Foods and Beverages. Does this mean that areas, such as Strategy, Information Management or Project Management are not as important as those in the Core category? No! In some cases, though, depending on the organization's understanding of high-level BPM concepts, use of category names, such as "Core," "Management" or "Support," can be a touchy subject. What is important to understand, is that no matter the nomenclature chosen, the Core processes are those that drive directly to customer value, Support processes are those which make the Core processes possible to execute, and Management Processes are those which steer and influence the Core. Some common terms for these three basic categorizations are Core, Customer Fulfillment, Customer Relationship Management, Governing, Controlling, Enabling, Support, etc. End-to-end versus Functional Processes Every high and low level of process: function, task, activity, process/work step (whatever an organization calls it), should add value to the flow of business in an organization. Suppose that within the process "Deliver package," there is a documented task titled "Stop for ice cream." It doesn't take a process expert to deduce the room for improvement. Though stopping for ice cream may create gain for the one person performing it, it likely benefits neither the organization nor, more importantly, the customer. In most cases, "Stop for ice cream" wouldn't make it past the first pass of To-Be process development. What would make the cut, however, would be a flow of tasks that, each having their own value add, build up to greater and greater levels of process objective. In this case, those tasks would combine to achieve a status of "package delivered." Figure 3 shows a simple example: Just as the package can only be delivered (outcome of the process) without first being retrieved, loaded, and the travel destination reached (outcomes of the process steps), some higher level of process "Play Practical Joke" (e.g., main process or process area) cannot be completed until a package is delivered. It seems that isolated or functionally separated processes, such as "Deliver Package" (shown in Figure 6), are necessary, but are always part of a bigger value chain. Each of these individual processes must be analyzed within the context of that value chain in order to ensure successful end-to-end process performance. For example, this company's "Create Joke Package" process could be operating flawlessly and efficiently, but if a joke is never developed, it cannot be created, so the end-to-end process breaks. Fig. 6: End to End Process Construction That being recognized, it is clear that processes must be viewed as end-to-end, customer-to-customer, and in the context of company strategy. But as can also be seen from the previous example, these vital end-to-end processes cannot be built without the functionally oriented building blocks. Without one, the other cannot be had, or at least not in a complete and organized fashion. As it turns out, but not discussed in depth here, the process modeling effort, BPM organizational development, and comprehensive coverage cannot be fully realized without a semi-functional, process-oriented approach. Then, an Enterprise Process Map should be concerned with both views, the building blocks, and access points to the business-critical end-to-end processes, which they construct. Without the functional building blocks, all streams of work needed for any business transformation would be lost mess of process disorganization. End-to-end views are essential for utilization in optimization in context, understanding customer impacts, base-lining all project phases and aligning objectives. Including both views on an Enterprise Process Map allows management to understand the functional orientation of the company's processes, while still providing access to end-to-end processes, which are most valuable to them. (See figures 7 and 8). Fig. 7: Simplified Enterprise Process Map with end-to-end Access Point The above examples show two unique ways to achieve a successful Enterprise Process Map. The first example is a simple map that shows a high level set of process areas and a separate section with the end-to-end processes of concern for the organization. This particular map is filtered to show just one vital end-to-end process for a project-specific focus. Fig. 8: Detailed Enterprise Process Map showing connected Functional Processes The second example shows a more complex arrangement and categorization of functional processes (the names of each process area has been removed). The end-to-end perspective is achieved at this level through the connections (interfaces at lower levels) between these functional process areas. An important point to note is that the organization of these two views of the Enterprise Process Map is dependent, in large part, on the orientation of its audience, and the complexity of the landscape at the highest level. If both are not apparent, the Enterprise Process Map is missing an opportunity to serve as a holistic, high-level view. Conclusion In the world of BPM, and specifically regarding Enterprise Process Maps, a picture can be worth as many words as the thought and effort that is put into it. Enterprise Process Maps alone cannot change an organization, but they serve more purposes than initially meet the eye, and therefore must be designed in a way that enables a BPM mindset, business process understanding and business transformation efforts. Every Enterprise Process Map will and should be different when looking across organizations. Its design will be driven by company strategy, a level of customer focus, and functional versus end-to-end orientations. This high-level description of the considerations of the Enterprise Process Maps is not a prescriptive "how to" guide. However, a company attempting to create one may not have the practical BPM experience to truly explore its options or impacts to the coming work of business process transformation. The biggest takeaway is that process modeling, at all levels, is a science and an art, and art is open to interpretation. It is critical that the modeler of the highest level of process mapping be a cognoscente of the message he is delivering and the factors at hand.   • What's up with OCFS2?

    On Linux there are many filesystem choices and even from Oracle we provide a number of filesystems, all with their own advantages and use cases. Customers often confuse ACFS with OCFS or OCFS2 which then causes assumptions to be made such as one replacing the other etc... I thought it would be good to write up a summary of how OCFS2 got to where it is, what we're up to still, how it is different from other options and how this really is a cool native Linux cluster filesystem that we worked on for many years and is still widely used. Work on a cluster filesystem at Oracle started many years ago, in the early 2000's when the Oracle Database Cluster development team wrote a cluster filesystem for Windows that was primarily focused on providing an alternative to raw disk devices and help customers with the deployment of Oracle Real Application Cluster (RAC). Oracle RAC is a cluster technology that lets us make a cluster of Oracle Database servers look like one big database. The RDBMS runs on many nodes and they all work on the same data. It's a Shared Disk database design. There are many advantages doing this but I will not go into detail as that is not the purpose of my write up. Suffice it to say that Oracle RAC expects all the database data to be visible in a consistent, coherent way, across all the nodes in the cluster. To do that, there were/are a few options : 1) use raw disk devices that are shared, through SCSI, FC, or iSCSI 2) use a network filesystem (NFS) 3) use a cluster filesystem(CFS) which basically gives you a filesystem that's coherent across all nodes using shared disks. It is sort of (but not quite) combining option 1 and 2 except that you don't do network access to the files, the files are effectively locally visible as if it was a local filesystem. So OCFS (Oracle Cluster FileSystem) on Windows was born. Since Linux was becoming a very important and popular platform, we decided that we would also make this available on Linux and thus the porting of OCFS/Windows started. The first version of OCFS was really primarily focused on replacing the use of Raw devices with a simple filesystem that lets you create files and provide direct IO to these files to get basically native raw disk performance. The filesystem was not designed to be fully POSIX compliant and it did not have any where near good/decent performance for regular file create/delete/access operations. Cache coherency was easy since it was basically always direct IO down to the disk device and this ensured that any time one issues a write() command it would go directly down to the disk, and not return until the write() was completed. Same for read() any sort of read from a datafile would be a read() operation that went all the way to disk and return. We did not cache any data when it came down to Oracle data files. So while OCFS worked well for that, since it did not have much of a normal filesystem feel, it was not something that could be submitted to the kernel mail list for inclusion into Linux as another native linux filesystem (setting aside the Windows porting code ...) it did its job well, it was very easy to configure, node membership was simple, locking was disk based (so very slow but it existed), you could create regular files and do regular filesystem operations to a certain extend but anything that was not database data file related was just not very useful in general. Logfiles ok, standard filesystem use, not so much. Up to this point, all the work was done, at Oracle, by Oracle developers. Once OCFS (1) was out for a while and there was a lot of use in the database RAC world, many customers wanted to do more and were asking for features that you'd expect in a normal native filesystem, a real "general purposes cluster filesystem". So the team sat down and basically started from scratch to implement what's now known as OCFS2 (Oracle Cluster FileSystem release 2). Some basic criteria were : Design it with a real Distributed Lock Manager and use the network for lock negotiation instead of the disk Make it a Linux native filesystem instead of a native shim layer and a portable core Support standard Posix compliancy and be fully cache coherent with all operations Support all the filesystem features Linux offers (ACL, extended Attributes, quotas, sparse files,...) Be modern, support large files, 32/64bit, journaling, data ordered journaling, endian neutral, we can mount on both endian /cross architecture,.. Needless to say, this was a huge development effort that took many years to complete. A few big milestones happened along the way... OCFS2 was development in the open, we did not have a private tree that we worked on without external code review from the Linux Filesystem maintainers, great folks like Christopher Hellwig reviewed the code regularly to make sure we were not doing anything out of line, we submitted the code for review on lkml a number of times to see if we were getting close for it to be included into the mainline kernel. Using this development model is standard practice for anyone that wants to write code that goes into the kernel and having any chance of doing so without a complete rewrite or.. shall I say flamefest when submitted. It saved us a tremendous amount of time by not having to re-fit code for it to be in a Linus acceptable state. Some other filesystems that were trying to get into the kernel that didn't follow an open development model had a lot harder time and a lot harsher criticism. March 2006, when Linus released 2.6.16, OCFS2 officially became part of the mainline kernel, it was accepted a little earlier in the release candidates but in 2.6.16. OCFS2 became officially part of the mainline Linux kernel tree as one of the many filesystems. It was the first cluster filesystem to make it into the kernel tree. Our hope was that it would then end up getting picked up by the distribution vendors to make it easy for everyone to have access to a CFS. Today the source code for OCFS2 is approximately 85000 lines of code. We made OCFS2 production with full support for customers that ran Oracle database on Linux, no extra or separate support contract needed. OCFS2 1.0.0 started being built for RHEL4 for x86, x86-64, ppc, s390x and ia64. For RHEL5 starting with OCFS2 1.2. SuSE was very interested in high availability and clustering and decided to build and include OCFS2 with SLES9 for their customers and was, next to Oracle, the main contributor to the filesystem for both new features and bug fixes. Source code was always available even prior to inclusion into mainline and as of 2.6.16, source code was just part of a Linux kernel download from kernel.org, which it still is, today. So the latest OCFS2 code is always the upstream mainline Linux kernel. OCFS2 is the cluster filesystem used in Oracle VM 2 and Oracle VM 3 as the virtual disk repository filesystem. Since the filesystem is in the Linux kernel it's released under the GPL v2 The release model has always been that new feature development happened in the mainline kernel and we then built consistent, well tested, snapshots that had versions, 1.2, 1.4, 1.6, 1.8. But these releases were effectively just snapshots in time that were tested for stability and release quality. OCFS2 is very easy to use, there's a simple text file that contains the node information (hostname, node number, cluster name) and a file that contains the cluster heartbeat timeouts. It is very small, and very efficient. As Sunil Mushran wrote in the manual : OCFS2 is an efficient, easily configured, quickly installed, fully integrated and compatible, feature-rich, architecture and endian neutral, cache coherent, ordered data journaling, POSIX-compliant, shared disk cluster file system. Here is a list of some of the important features that are included : Variable Block and Cluster sizes Supports block sizes ranging from 512 bytes to 4 KB and cluster sizes ranging from 4 KB to 1 MB (increments in power of 2). Extent-based Allocations Tracks the allocated space in ranges of clusters making it especially efficient for storing very large files. Optimized Allocations Supports sparse files, inline-data, unwritten extents, hole punching and allocation reservation for higher performance and efficient storage. File Cloning/snapshots REFLINK is a feature which introduces copy-on-write clones of files in a cluster coherent way. Indexed Directories Allows efficient access to millions of objects in a directory. Metadata Checksums Detects silent corruption in inodes and directories. Extended Attributes Supports attaching an unlimited number of name:value pairs to the file system objects like regular files, directories, symbolic links, etc. Advanced Security Supports POSIX ACLs and SELinux in addition to the traditional file access permission model. Quotas Supports user and group quotas. Journaling Supports both ordered and writeback data journaling modes to provide file system consistency in the event of power failure or system crash. Endian and Architecture neutral Supports a cluster of nodes with mixed architectures. Allows concurrent mounts on nodes running 32-bit and 64-bit, little-endian (x86, x86_64, ia64) and big-endian (ppc64) architectures. In-built Cluster-stack with DLM Includes an easy to configure, in-kernel cluster-stack with a distributed lock manager. Buffered, Direct, Asynchronous, Splice and Memory Mapped I/Os Supports all modes of I/Os for maximum flexibility and performance. Comprehensive Tools Support Provides a familiar EXT3-style tool-set that uses similar parameters for ease-of-use. The filesystem was distributed for Linux distributions in separate RPM form and this had to be built for every single kernel errata release or every updated kernel provided by the vendor. We provided builds from Oracle for Oracle Linux and all kernels released by Oracle and for Red Hat Enterprise Linux. SuSE provided the modules directly for every kernel they shipped. With the introduction of the Unbreakable Enterprise Kernel for Oracle Linux and our interest in reducing the overhead of building filesystem modules for every minor release, we decide to make OCFS2 available as part of UEK. There was no more need for separate kernel modules, everything was built-in and a kernel upgrade automatically updated the filesystem, as it should. UEK allowed us to not having to backport new upstream filesystem code into an older kernel version, backporting features into older versions introduces risk and requires extra testing because the code is basically partially rewritten. The UEK model works really well for continuing to provide OCFS2 without that extra overhead. Because the RHEL kernel did not contain OCFS2 as a kernel module (it is in the source tree but it is not built by the vendor in kernel module form) we stopped adding the extra packages to Oracle Linux and its RHEL compatible kernel and for RHEL. Oracle Linux customers/users obviously get OCFS2 included as part of the Unbreakable Enterprise Kernel, SuSE customers get it by SuSE distributed with SLES and Red Hat can decide to distribute OCFS2 to their customers if they chose to as it's just a matter of compiling the module and making it available. OCFS2 today, in the mainline kernel is pretty much feature complete in terms of integration with every filesystem feature Linux offers and it is still actively maintained with Joel Becker being the primary maintainer. Since we use OCFS2 as part of Oracle VM, we continue to look at interesting new functionality to add, REFLINK was a good example, and as such we continue to enhance the filesystem where it makes sense. Bugfixes and any sort of code that goes into the mainline Linux kernel that affects filesystems, automatically also modifies OCFS2 so it's in kernel, actively maintained but not a lot of new development happening at this time. We continue to fully support OCFS2 as part of Oracle Linux and the Unbreakable Enterprise Kernel and other vendors make their own decisions on support as it's really a Linux cluster filesystem now more than something that we provide to customers. It really just is part of Linux like EXT3 or BTRFS etc, the OS distribution vendors decide. Do not confuse OCFS2 with ACFS (ASM cluster Filesystem) also known as Oracle Cloud Filesystem. ACFS is a filesystem that's provided by Oracle on various OS platforms and really integrates into Oracle ASM (Automatic Storage Management). It's a very powerful Cluster Filesystem but it's not distributed as part of the Operating System, it's distributed with the Oracle Database product and installs with and lives inside Oracle ASM. ACFS obviously is fully supported on Linux (Oracle Linux, Red Hat Enterprise Linux) but OCFS2 independently as a native Linux filesystem is also, and continues to also be supported. ACFS is very much tied into the Oracle RDBMS, OCFS2 is just a standard native Linux filesystem with no ties into Oracle products. Customers running the Oracle database and ASM really should consider using ACFS as it also provides storage/clustered volume management. Customers wanting to use a simple, easy to use generic Linux cluster filesystem should consider using OCFS2.   • File Watcher Task

    The task will detect changes to existing files as well as new files, both actions will cause the file to be found when available. A file is available when the task can open it exclusively. This is important for files that take a long time to be written, such as large files, or those that are just written slowly or delivered via a slow network link. It can also be set to look for existing files first (1.2.4.55). The full path of the found file is returned in up to three ways: The ExecValueVariable of the task. This can be set to any String variable. The OutputVariableName when specified. This can be set to any String variable. The FullPath variable within OnFileFoundEvent. This is a File Watcher Task specific event.   Advanced warning of a file having been detected, but not yet available is returned through the OnFileWatcherEvent. This event does not always coincide with the completion of the task, as completion and the OnFileFoundEvent is delayed until the file is ready for use. This event indicates that a file has been detected, and that file will now be monitored until it becomes available. The task will only detect and report on the first file that is created or changes, any subsequent changes will be ignored. Task properties and there usages are documented below: Property Data Type Description Filter String Default filter *.* will watch all files. Standard windows wildcards and patterns can be used to restrict the files monitored. FindExistingFiles Boolean Indicates whether the task should check for any existing files that match the path and filter criteria, before starting the file watcher. IncludeSubdirectories Boolean Indicates whether changes in subdirectories are accepted or ignored. OutputVariableName String The name of the variable into which the full file path found will be written on completion of the task. The variable specified should be of type string. Path String Path to watch for new files or changes to existing files. The path is a directory, not a full filename. For a specific file, enter the file name in the Filter property and the directory in the Path property. PathInputType FileWatcherTask.InputType Three input types are supported for the path: Connection - File connection manager, of type existing folder. Direct Input - Type the path directly into the UI or set on the property as a literal string. Variable – The name of the variable which contains the path. Timeout Integer Time in minutes to wait for a file. If no files are detected within the timeout period the task will fail. The default value of 0 means infinite, and will not expire. TimeoutAsWarning Boolean The default behaviour is to raise an error and fail the task on timeout. This property allows you to suppress the error on timeout, a warning event is raised instead, and the task succeeds. The default value is false.   Installation The task is provided as an MSI file which you can download and run to install it. This simply places the files on disk in the correct locations and also installs the assemblies in the Global Assembly Cache as per Microsoft’s recommendations. You may need to restart the SQL Server Integration Services service, as this caches information about what components are installed, as well as restarting any open instances of Business Intelligence Development Studio (BIDS) / Visual Studio that you may be using to build your SSIS packages. For 2005/2008 Only - Finally you will have to add the task to the Visual Studio toolbox manually. Right-click the toolbox, and select Choose Items.... Select the SSIS Control Flow Items tab, and then check the File Watcher Task in the Choose Toolbox Items window. We recommend you follow best practice and apply the current Microsoft SQL Server Service pack to your SQL Server servers and workstations. This cache is held by the SSIS service, so you need restart the the SQL Server Integration Services service. You can do this from the Services applet in Control Panel or Administrative Tools in Windows. You can also restart the computer if you prefer. You may also need to restart any current instances of Business Intelligence Development Studio (BIDS) / Visual Studio that you may be using to build your SSIS packages. Contact Information: File Watcher Task A similar error message can be shown when trying to edit the task if the Microsoft Exception Message Box is not installed. This useful component is installed as part of the SQL Server Management Studio tools but occasionally due to the custom options chosen during SQL Server 2005 setup it may be absent. If you get an error like Could not load file or assembly 'Microsoft.ExceptionMessageBox.. you can manually download and install the missing component. It is available as part of the Feature Pack for SQL Server 2005 release. The feature packs are occasionally updated by Microsoft so you may like to check for a more recent edition, but you can find the Microsoft Exception Message Box download links here - Feature Pack for Microsoft SQL Server 2005 - April 2006 If you encounter this problem on SQL Server 2008, please check that you have installed the SQL Server client components.
