• Exploring the Excel Services REST API

  Over the last few years Analysis Services guru Chris Webb and I have been on something of a crusade to enable better access to data that is locked up in countless Excel workbooks that litter the hard drives of enterprise PCs. The most prominent manifestation of that crusade up to now has been a forum thread that Chris began on Microsoft Answers entitled Excel Web App API? Chris began that thread with: I was wondering whether there was an API for the Excel Web App? Specifically, I was wondering if it was possible (or if it will be possible in the future) to expose data in a spreadsheet in the Excel Web App as an OData feed, in the way that it is possible with Excel Services? Up to recently the last 10 words of that paragraph "in the way that it is possible with Excel Services" had completely washed over me however a comment on my recent blog post Thoughts on ExcelMashup.com (and a rant) by Josh Booker in which Josh said: Excel Services is a service application built for sharepoint 2010 which exposes a REST API for excel documents. We're looking forward to pros like you giving it a try now that Office365 makes sharepoint more easily accessible.  Can't wait for your future blog about using REST API to load data from Excel on Offce 365 in SSIS. made me think that perhaps the Excel Services REST API is something I should be looking into and indeed that is what I have been doing over the past few days. And you know what? I'm rather impressed with some of what Excel Services' REST API has to offer. Unfortunately Excel Services' REST API also has one debilitating aspect that renders this blog post much less useful than it otherwise would be; namely that it is not publicly available from the Excel Web App on SkyDrive. Therefore all I can do in this blog post is show you screenshots of what the REST API provides in Sharepoint rather than linking you directly to those REST resources; that's a great shame because one of the benefits of a REST API is that it is easily and ubiquitously demonstrable from a web browser. Instead I am hosting a workbook on Sharepoint in Office 365 because that does include Excel Services' REST API but, again, all I can do is show you screenshots. N.B. If anyone out there knows how to make Office-365-hosted spreadsheets publicly-accessible (i.e. without requiring a username/password) please do let me know (because knowing which forum on which to ask the question is an exercise in futility). In order to demonstrate Excel Services' REST API I needed some decent data and for that I used the World Tourism Organization Statistics Database and Yearbook - United Nations World Tourism Organization dataset hosted on Azure Datamarket (its free, by the way); this dataset "provides comprehensive information on international tourism worldwide and offers a selection of the latest available statistics on international tourist arrivals, tourism receipts and expenditure" and you can explore the data for yourself here. If you want to play along at home by viewing the data as it exists in Excel then it can be viewed here. Let's dive in.   The root of Excel Services' REST API is the model resource which resides at: http://server/_vti_bin/ExcelRest.aspx/Documents/TourismExpenditureInMillionsOfUSD.xlsx/model Note that this is true for every workbook hosted in a Sharepoint document library - each Excel workbook is a RESTful resource. (Update: Mark Stacey on Twitter tells me that "It's turned off by default in onpremise Sharepoint (1 tickbox to turn on though)". Thanks Mark!) The data is provided as an ATOM feed but I have Firefox's feed reading ability turned on so you don't see the underlying XML goo. As you can see there are four top level resources, Ranges, Charts, Tables and PivotTables; exploring one of those resources is where things get interesting. Let's take a look at the Tables Resource: http://server/_vti_bin/ExcelRest.aspx/Documents/TourismExpenditureInMillionsOfUSD.xlsx/model/Tables Our workbook contains only one table, called ‘Table1’ (to reiterate, you can explore this table yourself here). Viewing that table via the REST API is pretty easy, we simply append the name of the table onto our previous URI: http://server/_vti_bin/ExcelRest.aspx/Documents/TourismExpenditureInMillionsOfUSD.xlsx/model/Tables('Table1') As you can see, that quite simply gives us a representation of the data in that table. What you cannot see from this screenshot is that this is pure HTML that is being served up; that is all well and good but actually we can do more interesting things. If we specify that the data should be returned not as HTML but as: http://server/_vti_bin/ExcelRest.aspx/Documents/TourismExpenditureInMillionsOfUSD.xlsx/model/Tables('Table1')?$format=image then that data comes back as a pure image and can be used in any web page where you would ordinarily use images. This is the thing that I really like about Excel Services’ REST API – we can embed an image in any web page but instead of being a copy of the data, that image is actually live – if the underlying data in the workbook were to change then hitting refresh will show a new image. Pretty cool, no? The same is true of any Charts or Pivot Tables in your workbook - those can be embedded as images too and if the underlying data changes, boom, the image in your web page changes too. There is a lot of data in the workbook so the image returned by that previous URI is too large to show here so instead let’s take a look at a different resource, this time a range: http://server/_vti_bin/ExcelRest.aspx/Documents/TourismExpenditureInMillionsOfUSD.xlsx/model/Ranges('Data!A1|C15') That URI returns cells A1 to C15 from a worksheet called “Data”: And if we ask for that as an image again: http://server/_vti_bin/ExcelRest.aspx/Documents/TourismExpenditureInMillionsOfUSD.xlsx/model/Ranges('Data!A1|C15')?$format=image Were this image resource not behind a username/password then this would be a live image of the data in the workbook as opposed to one that I had to copy and upload elsewhere. Nonetheless I hope this little wrinkle doesn't detract from the inate value of what I am trying to articulate here; that an existing image in a web page can be changed on-the-fly simply by inserting some data into an Excel workbook. I for one think that that is very cool indeed! I think that's enough in the way of demo for now as this shows what is possible using Excel Services' REST API. Of course, not all features work quite how I would like and here is a bulleted list of some of my more negative feedback: The URIs are pig-ugly. Are "_vti_bin" & "ExcelRest.aspx" really necessary as part of the URI? Would this not be better: http://server/Documents/TourismExpenditureInMillionsOfUSD.xlsx/Model/Tables(‘Table1’) That URI provides the necessary addressability and is a lot easier to remember. Discoverability of these resources is not easy, we essentially have to handcrank a URI ourselves. Take the example of embedding a chart into a blog post - would it not be better if I could browse first through the document library to an Excel workbook and THEN through the workbook to the chart/range/table that I am interested in? Call it a wizard if you like. That would be really cool and would, I am sure, promote this feature and cut down on the copy-and-paste disease that the REST API is meant to alleviate. The resources that I demonstrated can be returned as feeds as well as images or HTML simply by changing the format parameter to ?$format=atom however for some inexplicable reason they don't return OData and no-one on the Excel Services team can tell me why (believe me, I have asked). $format is an OData parameter however other useful parameters such as $top and $filter are not supported. It would be nice if they were. Although I haven't demonstrated it here Excel Services' REST API does provide a makeshift way of altering the data by changing the value of specific cells however what it does not allow you to do is add new data into the workbook. Google Docs allows this and was one of the motivating factors for Chris Webb's forum post that I linked to above. None of this works for Excel workbooks hosted on SkyDrive This blog post is as long as it needs to be for a short introduction so I'll stop now. • Blank Mail from PHP application

  Problem: Blank email from PHP web application. Confirmed: App works in Linux, has various problems in Windows server environment. Blank emails are the last remaining problem. PHP Version 5.2.6 on the server I'm a librarian implementing a PHP based web application to help students complete their assignments.I have installed this application before on a Linux based free web host and had no problems. Email is controlled by two files, email_functions.php and email.php. While email can be sent, all that is sent is a blank email. My IT department is an ASP only shop, so I can get little to no help there. I also cannot install additional libraries like PHPmail or Swiftmailer. • Gartner PCC Follow-up: Interview with Chaeny Emanavin, Usability Lead - Office of Information Develo

  Last week at the Gartner Portals, Content and Collaboration conference in Baltimore, Chaeny and I co-presented on Oracle Enterprise 2.0 and BIA's Citizen Portal. Chaeny's presentation about the BIA solution was very well received and I wanted to do a follow-up interview with Chaeny to discuss more details about their solution and its Enterprise 2.0 features. Ajay: What were the main objectives for the BIA Citizen Portal? Chaeny: The BIA Citizen Portal is designed to provide all the services of the Bureau of Indian Affairs to the community of 564 federally recognized tribes that include over 1.9 million American Indians and Alaska Natives. The BIA provides the same breadth of services that the entire U.S. Federal Government provides in one small Bureau. So, we needed a solution that was flexible enough to handle content ranging from law enforcement to housing to education. Key objectives for external users was to use the Web as a communications channel and keep them informed on what services are available. We also wanted to build an internal web presence and community for BIA's 5000 employees to ensure that they update their content, leverage internal experts and create single sources of truth for key policy documents. Ajay: How is the project being implemented? Chaeny: We are using a phased approach. In phases 1 & 2, interim internal and external sites were built to ensure usability and functional requirements are being met. In Phases 3 & 4, we built out a modern internal and external presence using Oracle WebCenter Suite and Oracle Universal Content Management (UCM), including enabling delegated content management for our internal business units. Phase 4 was completed in January 2010. Phase 5 will add deeper Enterprise 2.0 collaboration capabilities to the solution. Ajay: Are you integrating any existing sites into the new solution? Chaeny: Yes, we have a SharePoint implementation that we are using for document management. We needed more precise functionality however. We found that SharePoint would let individual administrators of a SharePoint site actually create new sites. In a 3 months span, we had over 200 new sites created and most were not being used. So, we had an enormous sprawl problem. Our requirements mandated increased governance and more granular control over the creation of sites and flexible user access to content. In SharePoint this required custom code and was very time-intensive which was unfeasible given our tight deadlines. We are piloting Oracle WebCenter Spaces as our collaboration solution to mitigate these issues. However, we must integrate our existing SharePoint investment which we can do easily by using the SharePoint connectors available in Oracle WebCenter and UCM. Ajay: What were the key design parameters for your solution? Chaeny: We wanted everything driven by standards and policies. We created a cross-functional steering group called the Indian Affairs Web Council to codify policies that were baked into the system. Other key design areas were focused on security/governance, self-service content management, ease of use, integration with legacy applications and seamless single sign-on. We are using Dublin Core as our metadata standard. We also are using Java, APEX, and ADF as our development standards. Ajay: Why was it important to standardize on a platform? Chaeny: We initially looked at best-of-breed solutions, but we faced a lot of issues getting the different solutions to work together. Going with an integrated solution was more economical, easier to learn and faster to deliver the solution. Ajay: What type of legacy applications are you integrating into the portal? Chaeny: Initially we are starting with administrative apps such as people directory and user admin and then we will integrate HR and Financial applications among others. Ajay: Can you describe some of the E20 collaboration features you are putting into the solution? Chaeny: We are adding Enterprise 2.0 using Oracle WebCenter Spaces to deliver different collaboration tools such as wikis, blogs and discussion forums. Wikis to create rapid, ad hoc monthly roll-up reports; discussion forums to provide context-specific help; blogs to capture tacit organization knowledge from experts, identify gurus and turn tacit knowledge into explicit knowledge. Ajay: Are you doing anything specifically to spur adoption and usage? Chaeny: Yes, we did several things that I think helped us ramp quickly. First, we met our commitments for the new system launch date and also provided extra resources for a customer support "hotline" during the launch period. Prior to launch, we did exhaustive usability studies to capture user requirements around functionality, navigation and other key interaction areas. We also created extensive training programs so that the content managers in each business unit were comfortable using the content management tools and knew the best practices for usage. Finally, to launch the Enterprise 2.0 collaboration capabilities, we are working with a pilot group from the Division of Forestry and Wildland Fire Management of BIA. This group of people in the past have been willing early adopters and they have a strong business need to collaborate with many agencies both internal and external across State, County and other Federal jurisdictions. Their feedback is key to helping us launch Enterprise 2.0 successfully in our broader organization. Ajay: What were the biggest benefits to internal BIA employees and to the external community of users? Chaeny: For our employees, the new Enterprise 2.0-based solution will make it easier to find information; enhance employee productivity by embedding standard business processes into the system and create more of a community by creating connections with experts via social collaboration to ultimately provide better services more quickly. For the external American Indian and Alaska Native communities, we have a better relationship with the users and the new site has improved BIA's perception as a more responsive and customer-centric organization.

• SLK opens SCORM package as a ZIP file

  Symptom: After installing SharePoint Learning Kit successfully, (http://www.codeplex.com/SLK), everything works except that the SCORM package (a ZIP extension) is opening as a ZIP file instead of a course. You get the normal ZIP message "Do you want to open or save this file?" Problem: The package is zipped at the upper folder level and does not create a manifest that allows SharePoint to recognize it as a SCORM file instead of a ZIP file. Solution: Add the contents of the course to the ZIP, not the outer (uppermost) folder.  This creates a ZIP file that SharePoint can recognize as a SCORM package.

• ASP.NET 4 Website Fails to Start on Your TFS 2010 Server?

  Getting a “Could not find permission set named ‘ASP.Net’” error on your TFS 2010 server? It may have to do with the fact you’re trying to run ASP.NET as a child site of a SharePoint Web Site. The problem is described in the “ASP.NET 4 braking changes” site:   This error occurs because the ASP.NET 4 code access security (CAS) infrastructure looks for a permission set named ASP.Net. However, the partial trust configuration file that is referenced by WSS_Minimal does not contain any permission sets with that name. Currently there is not a version of SharePoint available that is compatible with ASP.NET. As a result, you should not attempt to run an ASP.NET 4 Web site as a child site underneath SharePoint Web sites.   There is a workaround you could try by setting this in your web.config, if you know what you’re doing: <trust level="Full" originUrl="" />

• Responsible BI for Excel, Even for Older Versions

  On Wednesday, I will have the honor of co-presenting, for both The Data Warehouse Institute (TDWI) and the New York Technology Council. on the subject of Excel and BI. My co-presenter will be none other than Bill Baker, who was a Microsoft Distinguished Engineer and, essentially, the father of BI at that company.  Details on the events are here and here. We'll be talking about PowerPivot, of course, but that's not all. Probably even more important than any one product, will be our discussion of whether the usual characterization of Excel as the nemesis of IT, the guilty pleasure of business users and the antithesis of formal BI is really valid and/or hopelessly intractable. Without giving away our punchline, I'll tell you that we are much more optimistic than that. There are huge upsides to Excel and while there are real dangers to using it in the BI space, there are standards and practices you can employ to ensure Excel is used responsibly. And when those practices are followed, Excel becomes quite powerful indeed. One of the keys to this is using Excel as a data consumer rather than data storage mechanism. Caching data in Excel is OK, but only if that data is (a) not modified and (b) configured for automated periodic refresh. PowerPivot meets both criteria -- it stores a read-only copy of your data in the form of a model, and once workbook containing a PowerPivot model is published to SharePoint, it can be configured for scheduled data refresh, on the server, requiring no user intervention whatsoever. Data refresh is a bit like hard drive backup: it will only happen reliably if it's automated, and super-easy to configure. PowerPivot hits a real home run here (as does Windows Home Server for PC backup, but I digress). The thing about PowerPivot is that it's an add-in for Excel 2010. What if you're not planning to go to that new version for quite a while? What if you’ve just deployed Office 2007 in your organization? What if you're still on Office 2003, or an even earlier version? What can you do immediately to share data responsibly and easily? As it turns out, there's a feature in Excel that's been around for quite a while, that can help: Web Queries.  The Web Query feature was introduced, ostensibly, to allow Excel to pull data in from Internet Web pages…for example, data in a stock quote history table will come in nicely, as will any data in a Web page that is displayed in an HTML table.  To use the feature In Excel 2007 or 2010, click the Data Tab or the ribbon and click the “From Web” button towards the left; in older versions use the corresponding option in  the menu or  toolbars.  Next, paste a URL into the resulting dialog box and tap Enter or click the Go button.  A preview of the Web page will come up, and the dialog will allow you to select the specific table within the page whose data you’d like to import.  Here’s an example: Now just click the table, click the Import button, and the Import Data dialog appears.  You can simply click OK to bring in your data or you can first click the Properties… button and configure the data import to be refreshed at an interval in minutes that you select.  Now your data’s in the spreadsheet and ready to worked with: Your data may be vulnerable to modification, but if you’ve set up the data refresh, any accidental or malicious changes will be corrected in time anyway. The thing about this feature is that it’s most useful not for public Web pages, but for pages behind the firewall.  In effect, the Web Query feature provides an incredibly easy way to consume data in Excel that’s “published” from an application.  Users just need a URL.  They don’t need to know server and database names and since the data is read-only, providing credentials may be unnecessary, or can be handled using integrated security.  If that’s not good enough, the Web Query can be saved to a special .iqy file, which can be edited to provide POST parameter data. The only requirement is that the data must be provided in an HTML table, with the first row providing the column names.  From an ASP.NET project, it couldn’t be easier: a simple bound GridView control is totally compatible.  Use a data source control with it, and you don’t even have to write any code.  Users can link to pages that are part of an application’s UI, or developers can create pages that are specially designed for the purpose of providing an interface to the Web Query import feature.  And none of this is Microsoft- or .NET-specific.  You can create pages in any language you want (PHP comes to mind) that output the result set of a query in HTML table format, and then consume that data in a Web Query.  Then build PivotTables and charts on the data, and in Excel 2007 or 2010 you can use conditional formatting to create scorecards and dashboards. This strategy allows you to create pages that function quite similarly to the OData XML feeds rendered when .NET developers create an “Astoria” WCF Data Service.  And while it’s cool that PowerPivot and Excel 2010 can import such OData feeds, it’s good to know that older versions of Excel can function in a similar fashion, and can consume data produced by virtually any Web development platform. I however do not want to set up the filterchain manually as properties may be added/removed later on. • Keyboard settings for a Mac+PC world

  SharePoint, WCF and Azure Trainings: more information I’m one of those weridos who lives in a Mac+PC world. I write code for both iOS and Windows platforms. I also travel quite a bit, and airlines and airport security are starting to weigh your carry ons, and beginning to frown on the powerplant of batteries you need to carry to power SharePoint on an airplane. This means, my main work machine has to be a Macbook Pro, since it is the only machine that can do both XCode and Visual Studio Virtualized and SharePoint virtualized nicely. The problem this causes of course, is you will literally pull your hair out when dealing with keyboard/shortcut differences. So here is my work setup, Running Mac for all my normal work Virtualizing using VMWare Fusion – and sometimes I move these VMs to my windows server so I can run them on VMware workstation.   Hi, I have a Date class which wraps over the DateTime? class (aids in mocking DateTime.Now, our domain ,etc). The Date class class only has one protected property : DateTime? date public class Date { protected DateTime? date; } // mapping in hbm <component name="CompletedOn"> <property column="StartedOn" name="date" access="field" not-null="false" /> </component> From the nhibernate docs: Like all value types, components do not support shared references. The null value semantics of a component are ad hoc. When reloading the containing object, NHibernate will assume that if all component columns are null, then the entire component is null. This should be okay for most purposes. Can I override this behaviour? I want my Date class to be instantiated even if date is null. Thanks,

  Hi, We are presently working for a client who is new to working with distributed teams. We have teams spread across India and the UK. Although we have decent project tracking tools (Mingle), would it be a good idea to the give the PM at the client access to our git hub repo. Would this be make it easier for them (see what the devs are working on and an insight into what the team has been developing). I agree that noot all commit messages would make sense to them but would this be a good way to boost their confidence in what we are doing? They already can check out our fortnightly releases on our QA and UA environments, but this still is behind dev by 5-6 days. Also, is there any reporting for git hub which makes it easier for PM types to make sense of it all? Thanks

  Hi, We are doing the following in the Application_Start (Global.ascx.cs) for a WCF Service hosted by IIS 7.0 (integrated pipeline). var mapperConfigurations = AppDomain.CurrentDomain.GetAssemblies() .SelectMany(a => a.GetExportedTypes().Where(t => typeof (IMapperConfiguration).IsAssignableFrom(t) && t.IsClass)) .ToList(); The web-service has 8-10 assemblies in its bin folder and each of them have multiple implementations of IMapperConfiguration. After an IIS Reset, no mapper configurations are found (found this using debug.write). However, this behaviour is inconsistent and at other times all implementations of IMapperConfiguration are found. When exactly does IIS load assemblies and what is wrong with this code? Thanks

• Using VLOOKUP in Excel

  VLOOKUP is one of Excel’s most useful functions, and it’s also one of the least understood.  In this article, we demystify VLOOKUP by way of a real-life example.  We’ll create a usable Invoice Template for a fictitious company. So what is VLOOKUP?  Well, of course it’s an Excel function.  This article will assume that the reader already has a passing understanding of Excel functions, and can use basic functions such as SUM, AVERAGE, and TODAY.  In its most common usage, VLOOKUP is a database function, meaning that it works with database tables – or more simply, lists of things in an Excel worksheet.  What sort of things?   Well, any sort of thing.  You may have a worksheet that contains a list of employees, or products, or customers, or CDs in your CD collection, or stars in the night sky.  It doesn’t really matter. Here’s an example of a list, or database.  In this case it’s a list of products that our fictitious company sells: Usually lists like this have some sort of unique identifier for each item in the list.  In this case, the unique identifier is in the “Item Code” column.  Note:  For the VLOOKUP function to work with a database/list, that list must have a column containing the unique identifier (or “key”, or “ID”), and that column must be the first column in the table.  Our sample database above satisfies this criterion. The hardest part of using VLOOKUP is understanding exactly what it’s for.  So let’s see if we can get that clear first: VLOOKUP retrieves information from a database/list based on a supplied instance of the unique identifier. Put another way, if you put the VLOOKUP function into a cell and pass it one of the unique identifiers from your database, it will return you one of the pieces of information associated with that unique identifier.  In the example above, you would pass VLOOKUP an item code, and it would return to you either the corresponding item’s description, its price, or its availability (its “In stock” quantity).  Which of these pieces of information will it pass you back?  Well, you get to decide this when you’re creating the formula. If all you need is one piece of information from the database, it would be a lot of trouble to go to to construct a formula with a VLOOKUP function in it.  Typically you would use this sort of functionality in a reusable spreadsheet, such as a template.  Each time someone enters a valid item code, the system would retrieve all the necessary information about the corresponding item. Let’s create an example of this:  An Invoice Template that we can reuse over and over in our fictitious company. First we start Excel… …and we create ourselves a blank invoice: This is how it’s going to work:  The person using the invoice template will fill in a series of item codes in column “A”, and the system will retrieve each item’s description and price, which will be used to calculate the line total for each item (assuming we enter a valid quantity). For the purposes of keeping this example simple, we will locate the product database on a separate sheet in the same workbook: In reality, it’s more likely that the product database would be located in a separate workbook.  It makes little difference to the VLOOKUP function, which doesn’t really care if the database is located on the same sheet, a different sheet, or a completely different workbook. In order to test the VLOOKUP formula we’re about to write, we first enter a valid item code into cell A11: Next, we move the active cell to the cell in which we want information retrieved from the database by VLOOKUP to be stored.  Interestingly, this is the step that most people get wrong.  To explain further:  We are about to create a VLOOKUP formula that will retrieve the description that corresponds to the item code in cell A11.  Where do we want this description put when we get it?  In cell B11, of course.  So that’s where we write the VLOOKUP formula – in cell B11. Select cell B11: We need to locate the list of all available functions that Excel has to offer, so that we can choose VLOOKUP and get some assistance in completing the formula.  This is found by first clicking the Formulas tab, and then clicking Insert Function:   A box appears that allows us to select any of the functions available in Excel.  To find the one we’re looking for, we could type a search term like “lookup” (because the function we’re interested in is a lookup function).  The system would return us a list of all lookup-related functions in Excel.  VLOOKUP is the second one in the list.  Select it an click OK… The Function Arguments box appears, prompting us for all the arguments (or parameters) needed in order to complete the VLOOKUP function.  You can think of this box as the function is asking us the following questions: What unique identifier are you looking up in the database? Where is the database? Which piece of information from the database, associated with the unique identifier, do you wish to have retrieved for you? The first three arguments are shown in bold, indicating that they are mandatory arguments (the VLOOKUP function is incomplete without them and will not return a valid value).  The fourth argument is not bold, meaning that it’s optional:   We will complete the arguments in order, top to bottom. The first argument we need to complete is the Lookup_value argument.  The function needs us to tell it where to find the unique identifier (the item code in this case) that it should be retuning the description of.  We must select the item code we entered earlier (in A11). Click on the selector icon to the right of the first argument: Then click once on the cell containing the item code (A11), and press Enter: The value of “A11” is inserted into the first argument. Now we need to enter a value for the Table_array argument.  In other words, we need to tell VLOOKUP where to find the database/list.  Click on the selector icon next to the second argument: Now locate the database/list and select the entire list – not including the header line.  The database is located on a separate worksheet, so we first click on that worksheet tab: Next we select the entire database, not including the header line: …and press Enter.  The range of cells that represents the database (in this case “’Product Database’!A2:D7”) is entered automatically for us into the second argument. Now we need to enter the third argument, Col_index_num.  We use this argument to specify to VLOOKUP which piece of information from the database, associate with our item code in A11, we wish to have returned to us.  In this particular example, we wish to have the item’s description returned to us.  If you look on the database worksheet, you’ll notice that the “Description” column is the second column in the database.  This means that we must enter a value of “2” into the Col_index_num box: It is important to note that that we are not entering a “2” here because the “Description” column is in the B column on that worksheet.  If the database happened to start in column K of the worksheet, we would still enter a “2” in this field. Finally, we need to decide whether to enter a value into the final VLOOKUP argument, Range_lookup.  This argument requires either a true or false value, or it should be left blank.  When using VLOOKUP with databases (as is true 90% of the time), then the way to decide what to put in this argument can be thought of as follows: If the first column of the database (the column that contains the unique identifiers) is sorted alphabetically/numerically in ascending order, then it’s possible to enter a value of true into this argument, or leave it blank. If the first column of the database is not sorted, or it’s sorted in descending order, then you must enter a value of false into this argument As the first column of our database is not sorted, we enter false into this argument: That’s it!  We’ve entered all the information required for VLOOKUP to return the value we need.  Click the OK button and notice that the description corresponding to item code “R99245” has been correctly entered into cell B11: The formula that was created for us looks like this: If we enter a different item code into cell A11, we will begin to see the power of the VLOOKUP function:  The description cell changes to match the new item code: We can perform a similar set of steps to get the item’s price returned into cell E11.  Note that the new formula must be created in cell E11.  The result will look like this: …and the formula will look like this: Note that the only difference between the two formulae is the third argument (Col_index_num) has changed from a “2” to a “3” (because we want data retrieved from the 3rd column in the database). If we decided to buy 2 of these items, we would enter a “2” into cell D11.  We would then enter a simple formula into cell F11 to get the line total: =D11*E11 …which looks like this… Completing the Invoice Template We’ve learned a lot about VLOOKUP so far.  In fact, we’ve learned all we’re going to learn in this article.  It’s important to note that VLOOKUP can be used in other circumstances besides databases.  This is less common, and may be covered in future How-To Geek articles. Our invoice template is not yet complete.  In order to complete it, we would do the following: We would remove the sample item code from cell A11 and the “2” from cell D11.  This will cause our newly created VLOOKUP formulae to display error messages: We can remedy this by judicious use of Excel’s IF() and ISBLANK() functions.  We change our formula from this…       =VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE) …to this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE)) We would copy the formulas in cells B11, E11 and F11 down to the remainder of the item rows of the invoice.  Note that if we do this, the resulting formulas will no longer correctly refer to the database table.  We could fix this by changing the cell references for the database to absolute cell references.  Alternatively – and even better – we could create a range name for the entire product database (such as “Products”), and use this range name instead of the cell references.  The formula would change from this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE)) …to this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,Products,2,FALSE)) …and then copy the formulas down to the rest of the invoice item rows. We would probably “lock” the cells that contain our formulae (or rather unlock the other cells), and then protect the worksheet, in order to ensure that our carefully constructed formulae are not accidentally overwritten when someone comes to fill in the invoice. We would save the file as a template, so that it could be reused by everyone in our company If we were feeling really clever, we would create a database of all our customers in another worksheet, and then use the customer ID entered in cell F5 to automatically fill in the customer’s name and address in cells B6, B7 and B8.
