  • VLOOKUP in Excel, part 2: Using VLOOKUP without a database

    In a recent article, we introduced the Excel function called VLOOKUP and explained how it could be used to retrieve information from a database into a cell in a local worksheet.  In that article we mentioned that there were two uses for VLOOKUP, and only one of them dealt with querying databases.  In this article, the second and final in the VLOOKUP series, we examine this other, lesser known use for the VLOOKUP function. If you haven’t already done so, please read the first VLOOKUP article – this article will assume that many of the concepts explained in that article are already known to the reader. When working with databases, VLOOKUP is passed a “unique identifier” that serves to identify which data record we wish to find in the database (e.g. a product code or customer ID).  This unique identifier must exist in the database, otherwise VLOOKUP returns us an error.  In this article, we will examine a way of using VLOOKUP where the identifier doesn’t need to exist in the database at all.  It’s almost as if VLOOKUP can adopt a “near enough is good enough” approach to returning the data we’re looking for.  In certain circumstances, this is exactly what we need. We will illustrate this article with a real-world example – that of calculating the commissions that are generated on a set of sales figures.  We will start with a very simple scenario, and then progressively make it more complex, until the only rational solution to the problem is to use VLOOKUP.  The initial scenario in our fictitious company works like this:  If a salesperson creates more than $30,000 worth of sales in a given year, the commission they earn on those sales is 30%.  Otherwise their commission is only 20%.  So far this is a pretty simple worksheet: To use this worksheet, the salesperson enters their sales figures in cell B1, and the formula in cell B2 calculates the correct commission rate they are entitled to receive, which is used in cell B3 to calculate the total commission that the salesperson is owed (which is a simple multiplication of B1 and B2). The cell B2 contains the only interesting part of this worksheet – the formula for deciding which commission rate to use: the one below the threshold of $30,000, or the one above the threshold.  This formula makes use of the Excel function called IF.  For those readers that are not familiar with IF, it works like this: IF(condition,value if true,value if false) Where the condition is an expression that evaluates to either true or false.  In the example above, the condition is the expression B1<B5, which can be read as “Is B1 less than B5?”, or, put another way, “Are the total sales less than the threshold”.  If the answer to this question is “yes” (true), then we use the value if true parameter of the function, namely B6 in this case – the commission rate if the sales total was below the threshold.  If the answer to the question is “no” (false), then we use the value if false parameter of the function, namely B7 in this case – the commission rate if the sales total was above the threshold. As you can see, using a sales total of $20,000 gives us a commission rate of 20% in cell B2.  If we enter a value of $40,000, we get a different commission rate: So our spreadsheet is working. Let’s make it more complex.  Let’s introduce a second threshold:  If the salesperson earns more than $40,000, then their commission rate increases to 40%: Easy enough to understand in the real world, but in cell B2 our formula is getting more complex.  If you look closely at the formula, you’ll see that the third parameter of the original IF function (the value if false) is now an entire IF function in its own right.  This is called a nested function (a function within a function).  It’s perfectly valid in Excel (it even works!), but it’s harder to read and understand. We’re not going to go into the nuts and bolts of how and why this works, nor will we examine the nuances of nested functions.  This is a tutorial on VLOOKUP, not on Excel in general. Anyway, it gets worse!  What about when we decide that if they earn more than $50,000 then they’re entitled to 50% commission, and if they earn more than $60,000 then they’re entitled to 60% commission? Now the formula in cell B2, while correct, has become virtually unreadable.  No-one should have to write formulae where the functions are nested four levels deep!  Surely there must be a simpler way? There certainly is.  VLOOKUP to the rescue! Let’s redesign the worksheet a bit.  We’ll keep all the same figures, but organize it in a new way, a more tabular way: Take a moment and verify for yourself that the new Rate Table works exactly the same as the series of thresholds above. Conceptually, what we’re about to do is use VLOOKUP to look up the salesperson’s sales total (from B1) in the rate table and return to us the corresponding commission rate.  Note that the salesperson may have indeed created sales that are not one of the five values in the rate table ($0, $30,000, $40,000, $50,000 or $60,000).  They may have created sales of $34,988.  It’s important to note that $34,988 does not appear in the rate table.  Let’s see if VLOOKUP can solve our problem anyway… We select cell B2 (the location we want to put our formula), and then insert the VLOOKUP function from the Formulas tab: The Function Arguments box for VLOOKUP appears.  We fill in the arguments (parameters) one by one, starting with the Lookup_value, which is, in this case, the sales total from cell B1.  We place the cursor in the Lookup_value field and then click once on cell B1: Next we need to specify to VLOOKUP what table to lookup this data in.  In this example, it’s the rate table, of course.  We place the cursor in the Table_array field, and then highlight the entire rate table – excluding the headings: Next we must specify which column in the table contains the information we want our formula to return to us.  In this case we want the commission rate, which is found in the second column in the table, so we therefore enter a 2 into the Col_index_num field: Finally we enter a value in the Range_lookup field. Important:  It is the use of this field that differentiates the two ways of using VLOOKUP.  To use VLOOKUP with a database, this final parameter, Range_lookup, must always be set to FALSE, but with this other use of VLOOKUP, we must either leave it blank or enter a value of TRUE.  When using VLOOKUP, it is vital that you make the correct choice for this final parameter. To be explicit, we will enter a value of true in the Range_lookup field.  It would also be fine to leave it blank, as this is the default value: We have completed all the parameters.  We now click the OK button, and Excel builds our VLOOKUP formula for us: If we experiment with a few different sales total amounts, we can satisfy ourselves that the formula is working. Conclusion In the “database” version of VLOOKUP, where the Range_lookup parameter is FALSE, the value passed in the first parameter (Lookup_value) must be present in the database.  In other words, we’re looking for an exact match. But in this other use of VLOOKUP, we are not necessarily looking for an exact match.  In this case, “near enough is good enough”.  But what do we mean by “near enough”?  Let’s use an example:  When searching for a commission rate on a sales total of $34,988, our VLOOKUP formula will return us a value of 30%, which is the correct answer.  Why did it choose the row in the table containing 30% ?  What, in fact, does “near enough” mean in this case?  Let’s be precise: When Range_lookup is set to TRUE (or omitted), VLOOKUP will look in column 1 and match the highest value that is not greater than the Lookup_value parameter. It’s also important to note that for this system to work, the table must be sorted in ascending order on column 1!   • A dacpac limitation – Deploy dacpac wizard does not understand SqlCmd variables

    Since the release of SQL Server 2012 I have become a big fan of using dacpacs for deploying SQL Server databases (for reasons that I will explain some other day) and I chose to use a dacpac to distribute my recently announced utility sp_ssiscatalog (read: Introducing sp_ssiscatalog (v1.0.0.0)). Unfortunately if you read that blog post you may have taken note of the following: Ordinarily a dacpac can be deployed to a SQL Server from SSMS using the Deploy Dacpac wizard however in this case there is a limitation. Due to sp_ssiscatalog referring to objects in the SSIS Catalog (which it has to do of course) the dacpac contains a SqlCmd variable to store the name of the database that underpins the SSIS Catalog; unfortunately the Deploy Dacpac wizard in SSMS has a rather gaping limitation in that it cannot deploy dacpacs containing SqlCmd variables. I think it is worth calling out this limitation separately in this blog post because its a limitation that all dacpac users need to be aware of. If you try and deploy the dacpac containing sp_ssiscatalog using the wizard in SSMS then this is what you will see: TITLE: Microsoft SQL Server Management Studio ------------------------------ Could not deploy package. (Microsoft.SqlServer.Dac) ------------------------------ ADDITIONAL INFORMATION: Missing values for the following SqlCmd variables:SSISDB. (Microsoft.Data.Tools.Schema.Sql) ------------------------------ BUTTONS: OK ------------------------------ The message is quite correct. The SSDT DB project that I used to build this dacpac *does* have a SqlCmd variable in it called SSISDB: Quite simply, the Dac Deployment wizard in SSMS is not capable of deploying such dacpacs. Your only option for deploying such dacpacs is to use the command-line tool sqlpackage.exe. Generally I use sqlpackage.exe anyway (which is why it has taken me months to encounter the aforementioned problem) and have found it preferable to using a GUI-based wizard.   • SQL SERVER – Copy Column Headers from Resultset – SQL in Sixty Seconds #027 – Video

    SQL Server Management Studio returns results in Grid View, Text View and to the file. When we copy results from Grid View to Excel there is a common complaint that the column  header displayed in resultset is not copied to the Excel. I often spend time in performance tuning databases and I run many DMV’s in SSMS to get a quick view of the server. In my case it is almost certain that I need all the time column headers when I copy my data to excel or any other place. SQL Server Management Studio have two different ways to do this. Method 1: Ad-hoc When result is rendered you can right click on the resultset and click on Copy Header. This will copy the headers along with the resultset. Additionally, you can use the shortcut key CTRL+SHIFT+C for coping column headers along with the resultset. Method 2: Option Setting at SSMS level This is SSMS level settings and I kept this option always selected as I often need the column headers when I select the resultset. Go Tools >> Options >> Query Results >> SQL Server >> Results to Grid >> Check the Box “Include column header when copying or saving the results.” Both of the methods are discussed in following SQL in Sixty Seconds Video.   • SQL SERVER – 2000 – DBCC SQLPERF(waitstats) – Wait Type – Day 24 of 28

    I have received many comments, email, suggestions and motivations for my current series of wait types and wait statistics. One of the questions which I keep on receiving almost every other day is whether all of the discussions I have presented so far are also applicable to SQL Server 2000. Additionally, I receive another question asking me if wait statistics matters in SQL Server 2000. If it is, then the asker wants to know how to measure wait types for SQL Server 2000. In SQL Server, you can run the following command to get a list of all the wait types: DBCC SQLPERF(waitstats) The query above will work in SQL Server 2005/2008/R2  because of backup compatibility. As you might have noticed, I have been discussing everything keeping SQL Server 2005+ in mind, but I have given little consideration on SQL Server 2000. However, I am pretty sure that most of the suggestions I have provided are applicable to SQL Server 2000. The wait types I have been discussing mostly exist in SQL Server 2000 as well. But the difference of the 2000 version is that it gets late recent releases, but it is worth it. Wait types are very essential to measure performance bottleneck. Because of this, I do not have to state that I am big fan of them just so I could identify performance bottleneck. Please read all the post in the Wait Types and Queue series. Note: The information presented here is from my experience and there is no way that I claim it to be accurate. I suggest reading Book OnLine for further clarification. All the discussion of Wait Stats in this blog is generic and varies from system to system. It is recommended that you test this on a development server before implementing it to a production server. Generate Script with Data from Database – Database Publishing Wizard Generating schema script with data is one of the most frequently performed tasks among SQL Server Data Professionals. There are many ways to do the same. In the above article I demonstrated that how we can use the Database Publishing Wizard to accomplish the same. It was new to me at that time but I have not seen much of the adoption of the same still in the industry. Error related to Database in Use There are so many database management operations in SQL Server which requires exclusive access to the database and it is not always possible to get it. When any database is online in SQL Server it either applications or system thread often accesses them. This means database can’t have exclusive access and the operations which required this access throws an error. There is very easy method to overcome this minor issue – a single line script can give you exclusive access to the database. Difference between DATETIME and DATETIME2 Developers have found the root reason of the problem when dealing with Date Functions – when data time values are converted (implicit or explicit) between different data types, which would lose some precision, so the result cannot match each other as expected. Introduction to LEAD and LAG – Analytic Functions Introduced in SQL Server 2012 SQL Server 2012 introduces new analytical function LEAD() and LAG(). This function accesses data from a subsequent row (for lead) and previous row (for lag) in the same result set without the use of a self-join . It will be very difficult to explain this in words so I will attempt small example to explain you this function.   • Are You Using Windows Live Mesh?

    Most of the time, I’m the guy who authors the show notes for the Herding Code Podcast.  The workflow is relatively straight-forward: Jon shares the pre-production audio with me, I compete my write up and then ship the notes back to Jon for publishing with the edited audio.  All file sharing is all done with shared folders in the Windows Live Mesh. The director of my kid’s preschool was looking for a way to access her work computer from her home office.  VPN connection?  Remote desktop?  FTP?  Nope. I installed Windows Live Mesh in a matter of minutes, synchronized a number of folders and she was off and running.  (The neat thing is she’s running a PC in the office and a Mac at home.) I was using Dropbox before discovering Mesh. Dropbox is still very cool but I’m in and out of Mesh enough that it’s taken over.  Actually I still have a Dropbox folder – it’s just being synched by Mesh now.   • Dependent on CVS tagging for automated builds

    My current work relies on using tags in CVS for an automated build process (ANT currently) to build for respective environments (development, QA, production). From our research, neither Git or Subversion support tagging in the same manner. If we use Subversion or Git, they don't support tags (in the same manner - please correct me?). So how would ANT or Maven know what to pick up for the respective build? Example: For a webapp, when viewing our repository say for the web.xml file -- the history would look like: web.xml v1 ... web.xml v1.2.3 Tag: Prod web.xml v1.2.4 web.xml v1.2.5 Tag: QA web.xml v1.2.6 web.xml v1.2.7 Head The ANT build scripts are run as CRON jobs, at different times & intervals for different environments. The environment build is based on the repository checkout, based on the tag.     I am on Lubuntu 12.04, and I have installed VLC media player version 2.0.3. When I try and play an audio file, it appears to load fine, and the media position bar displays the progress, and it says it is playing, but I can't here any thing through my speakers. I can hear game audio, web audio, and audio from SMPlayer just fine, but with VLC, I can't here anything. It would eventually start working after I messed around with the audio settings, but it happened every restart. I eventually switched to SMPlayer, but now I need some of the features that VLC offers, but I still can't use VLC. At this point, the audio can not be heard at all, and the method I used before, messing around with the audio settings, isn't getting me anywhere.     How would you define a testable measure of the expertise that, if you're honest with yourself, lets you write in your CV words "Oracle", "Sybase", or "SQL Server" and not just "Relational Databases, SQL, JDBC" in your software developer's CV? What every XXX-developer (XXX - a vendor name) should know?   • What is spreadsheet useful for?

    I have been in computer business for 15 years in various roles (sysadmin, developer, researcher), and I have never encountered someone using excel for something more advanced than for formatting tables, or as an ad-hoc database that could have been maintained in a text-file. I had to do heavy data-processing and plotting and for that I used some perl scripts + gnuplot, got tiredof it, and went over to R eventually. 2D spreadsheet just didn't seem well-suited for doing statistical analyses over 5-dimensional datasets (not to mention that it produces UGLY plots). I attempted to use spreadsheet for time-tracking, and found out that I would have better been served by a relational database, so I gave up on using excel for that too. For example, it's important to consistently name tasks, and I needed to find out unique task names in a given column across several sheets (I had one timesheet for each month). How do you make such "query" in a program that essentially evaluates independent cells and has little notion of relations between them? So, what are spreadsheets useful for? Why do they have a bunch of mathematical stuff built into them when, AFAICT, people use them mostly as table formatters or bad substitutes for databases?

  • TFS Shipping Cadence

    Brian Harry has formally announced a change to the TFS shipping cadence from the traditional 2-3 years to production cycle to a more agile and refreshing minimum once in a 3 weeks cycle! The change didn’t happen over night, it was a gradual process which was greatly influenced by moving TFS to the cloud. The thinking started with trying to figure out what the team wanted.  Like people often do, the team started with what they knew and tried to evolve from there.  The team spent a few months thinking through “What if we do major releases every year and minor releases every 6 months?”,  “Major releases every 6 months, patches once a month?”, “What if we do quarterly releases – can we get the release cycle going that fast?”, etc.  The team also spent time debating what constitutes a major release VS a minor release. How much churn are customers willing to tolerate?  The team finally concluded… “When a change this big is necessary – forget where you are and just ask where you want to be and then ask what it would take to get there.” Going forward you will see, Team Foundation Service updates every 3 weeks Visual Studio Client updates quarterly (Limited to VS 2012 for now) Team Foundation Server updates more frequent than every 2 years but details still being worked out.  The team will definitely deliver one this fall.   • If some standards apply when "it depends" then should I stick with custom approaches?

    If I have an unconventional approach which works better than the industry standard, should I just stick with it even though in principal it violates those standards? What I am talking about is referential integrity for relational database management systems. The standard for enforcing referential integrity is to CASCADE delete. In practice, this is just not going to work all the time. In my current case, it does not. The alternative suggested is to either change the reference to NULL, DEFAULT, or just to take NO ACTION - usually in the form of a "soft delete". I am all about enforcing referential integrity. Love it. However, sometimes it just does not fully apply to use all the standards in practice. My approach has been to slightly abandon a small part of one of those practices which is the part about leaving "hanging references" around. Oops. The trade off is plentiful in this situation I believe. Instead of having deprecated data in the production database, a splattering of "soft delete" logic all across my controllers (and views sometimes depending on how far down the chain the soft delete occurred), and the prospect of queries taking longer and longer - instead of all that - I now have a recycle bin and centralized logic. The only tradeoff is that I must explicitly manage the possibility of "hanging references" which can be done through generics with one class. Any thoughts?

  • SQL SERVER – Copy Column Headers from Resultset – SQL in Sixty Seconds #026 – Video

    SQL Server Management Studio returns results in Grid View, Text View and to the file. When we copy results from Grid View to Excel there is a common complaint that the column  header displayed in resultset is not copied to the Excel. I often spend time in performance tuning databases and I run many DMV’s in SSMS to get a quick view of the server. In my case it is almost certain that I need all the time column headers when I copy my data to excel or any other place. SQL Server Management Studio have two different ways to do this. Method 1: Ad-hoc When result is rendered you can right click on the resultset and click on Copy Header. This will copy the headers along with the resultset. Additionally, you can use the shortcut key CTRL+SHIFT+C for coping column headers along with the resultset. Method 2: Option Setting at SSMS level This is SSMS level settings and I kept this option always selected as I often need the column headers when I select the resultset. Go Tools >> Options >> Query Results >> SQL Server >> Results to Grid >> Check the Box “Include column header when copying or saving the results.” Both of the methods are discussed in following SQL in Sixty Seconds Video.     Today I just returned from Bangalore User Group Meeting. Attending User Group meeting is indeed fun and really great experience. The best part of the User Group is meeting like minded people and have a great conversation with them. During the meeting I was asked why one has to go online to access SQL Server Product Documentation. I can clearly see there can be many reasons for why one wants the documentation to be available offline. The reasons can be anything but not limited to Company Firewall No Internet (power failure, on road or disaster) Internet Bandwidth Limitatoin Company Proxy Issues … and much more… In this kind of situation one needs documentation which is offline and easily available in local computer. The Microsoft SQL Server 2012 setup installs only the Help Viewer and related components for managing Help settings. Setup does not directly install any documentation. All of the SQL Server documentation is available online. Well, Microsoft has recently released Production Documentation available for offline users as well. You just have to download the executable file and follow all the instructions.   • BizTalk 2009 - BizTalk Server Best Practice Analyser

    The BizTalk Server Best Practices Analyser  allows you to carry out a configuration level verification of your BizTalk installation, evaluating the deployed configuration but not modifying or tuning anything that it finds. The Best Practices Analyser uses "reading and reporting" to gather data from different sources, such as: Windows Management Instrumentation (WMI) classes SQL Server databases Registry entries When I first ran the analyser I got a number of errors, if you get any errors these should all be acted upon to resolve them, you should then run the scan again and see if any thing else is reported that needs acting upon. As you can see in the image above, the initial issue that jumped out to me was that the SQL Server Agent was not started. The reasons for this was absent mindedness - this run was against my development PC and I don't have SQL/BizTalk actively running unless I am using them.  Starting the agent service and running the scan again gave me the following results: This resolved most of the issues for me, but next major issue to look at was that there was no tracking host running.  You can also see that I was still getting an error with two of the SQL jobs.  The problem here was that I had not yet configured these two SQL jobs.  Configuring the backup and purge jobs and then starting the tracking host before running the scan again gave: This had cleared all the critical issues, but I did stil have a number of warnings.  For example on this report I was warned that the BizTalk Message box is hosted on the BizTalk Server.  While this is known to be less than ideal, it is as I expected on my development environment where I have installed Visual Studio, SQL and BizTalk on my laptop and I was happy to ignore this and other similar warnings. In your case you should take a look at any warnings you receive and decide what you want to do about each of them in turn.

  • Code review “on a napkin” — could it be useful?

    Preconditions Team uses DVCS IDE supports comments parsing (like TODO and etc.) Tools like CodeCollaborator are expensive for budget Tools like gerrit are too complex for install or not usable Workflow Author publishes somewhere on central repo feature branch Reviewer fetch it and start review In case of some question/issue reviewer create comment with special label, like "BLA". Such label MUST not be in production code -- only on review stage: $somevar = 123; // BLA Why do echo this here? echo $somevar; When reviewer finish post comments -- it just commits with stupid message "comments" and pushes back Author pulls feature branch back and answer comments in similar way or improve code and push it back When "BLA" comments have gone we can think, that review has successfully finished. Author interactively rebases feature branch, stashes it to remove those "comment" commits and now is ready to merge feature to develop or make any action that usualy could be after successful internal review IDE support I know, that custom comment tags are possible in eclipse & netbeans. Sure it also should be in blablaStorm family. So my specific questions are Do you think this methodology is viable? Do you know something similar?
