  • Paypal IPN Handler for Cart

    Hey everyone! I'm using a Paypal add to cart button for a simple ecommerce website. I had a Paypal IPN handler written in PHP that was successfully working for 'Buy it Now' buttons and purchasing one item at a time. I would run a database query each time to update the store's inventory to reflect the purchase. Now I'm upgrading this store to a 'cart' version so people could check out with multiple items at a time. Would anyone be able to tell me, in general, how my IPN handler would need to be altered to accommodate this? I'm unsure of what a response from Paypal looks like for a cart purchase as opposed to a buy it now purchase. Thanks, any help or examples of working IPN cart scripts would be very appreciated!   • Sqlite issues with HTC Desire HD

    Recently I have been getting a lot of complaints about the HTC Desire series and it failing while invoking sql statements. I have received reports from users with log snapshots that contain the following. I/Database( 2348): sqlite returned: error code = 8, msg = statement aborts at 1: [pragma journal_mode = WAL;] E/Database( 2348): sqlite3_exec to set journal_mode of /data/data/my.app.package/files/localized_db_en_uk-1.sqlite to WAL failed followed by my app basically burning in flames because the call to open the database results in a serious runtime error that manifests itself as the cursor being left open. There shouldn't be a cursor at this point as we are trying to open it. This only occurs with the HTC Desire HD and Z. My code basically does the following (changed a little to isolate the problem area).   • Primary language - C++/Qt, C#, Java?

    I'm looking for some input, but let me start with a bit of background (for tl;dr skip to end). I'm an IT major with a concentration in networking. While I'm not a CS major nor do I want to program as a vocation, I do consider myself a programmer and do pretty well with the concepts involved. I've been programming since about 6th grade, started out with a proprietary game creation language that made my transition into C++ at college pretty easy. I like to make programs for myself and friends, and have been paid to program for local businesses. A bit about that- I wrote some programs for a couple local businesses in my senior year in high school. I wrote management systems for local shops (inventory, phone/pos orders, timeclock, customer info, and more stuff I can't remember). It definitely turned out to be over my head, as I had never had any formal programming education. It was a great learning experience, but damn was it crappy code. Oh yeah, by the way, it was all vb6. So, I've used vb6 pretty extensively, I've used c++ in my classes (intro to programming up to algorithms), used Java a little bit in another class (had to write a ping client program, pretty easy) and used Java for some simple Project Euler problems to help learn syntax and such when writing the program for the class. I've also used C# a bit for my own simple personal projects (simple programs, one which would just generate an HTTP request on a list of websites and notify if one responded unexpectedly or not at all, and another which just held a list of things to do and periodically reminded me to do them), things I would've written in vb6 a year or two ago. I've just started using Qt C++ for some undergrad research I'm working on. Now I've had some formal education, I [think I] understand organization in programming a lot better (I didn't even use classes in my vb6 programs where I really should have), how it's important to structure code, split into functions where appropriate, document properly, efficiency both in memory and speed, dynamic and modular programming etc. I was looking for some input on which language to pick up as my "primary". As I'm not a "real programmer", it will be mostly hobby projects, but will include some 'real' projects I'm sure. From my perspective: QtC++ and Java are cross platform, which is cool. Java and C# run in a virtual machine, but I'm not sure if that's a big deal (something extra to distribute, possibly a bit slower? I think Qt would require additional distributables too, right?). I don't really know too much more than this, so I appreciate any help, thanks! TL;DR Am an avocational programmer looking for a language, want quick and straight forward development, liked vb6, will be working with database driven GUI apps- should I go with QtC++, Java, C#, or perhaps something else?

  • .NET datetime issue with SQL stored procedure

    I am getting the below error when executing my application on a Windows XP machine with .NET 2.0 installed. On my computer Windows 7 .NET 2.0 - 3.5 I am not having any issues. The target SQL server version is 2005. This error started occurring when I added the datetime to the stored procedure. I have been reading alot about using .NET datetime with SQL datetime and I still have not figured this out. If someone can point me in the right direction I would appreciate it.   • Multiple layouts in rails [Newbie Q]

    Hi. As a newb, I decided to build a "home inventory" application. I am now stuck on how to programmatically select a layout based on what type of item it is when viewing it in a browser. According to my planning, so far I should have created a few models to represent types of items I can find in my home: Furniture, Electronics and Books. class Book < ActiveRecord::Base end class Furniture < ActiveRecord::Base end class Electronic < ActiveRecord::Base end Now the Books model has things like isbn, pages, address, and category. Furniture model has things like color, price, address, and category. Electronics has things like name, voltage, address, and category. Here is where I got confused. I know the property address is going to be the same for all of them. I also know that, I will need to create multiple "layouts" for 3 different types of items to show the different properties of said items with appropriate graphics and stylesheets. But how will I go about deciding which category the item is so I can determine which layout to render. According to me, this is how I will do it: class DisplayController < ApplicationController def display @item = Params[:item] if @item.category = "electronics" render :layout => 'electronics' end end In my routes.rb map.display ':item', :controller => 'display', :action => 'display' I only seem to have one concern with this, I probably will add a lot of categories later on and think there should be a more DRY-esque way of dealing, rather than hardcoding them. I understand that I need to add into my layout html tags to display relevant information for that particular category. ----Questions---- Is this the right way to approach this type of problem. Will this approach be compatible when I decide to add a gem like *thinking_sphinx* to run search. What issues do you see with my approach and how can I make it better. I was reading something about "Polymorphic Assoc", does that apply in this case, since category exist for all items? Also, I was trying to get a routes to render a URL like "http://localhost/living-room-tv"

  • Postgresql count+sort performance

    I have built a small inventory system using postgresql and psycopg2. Everything works great, except, when I want to create aggregated summaries/reports of the content, I get really bad performance due to count()'ing and sorting. The DB schema is as follows: CREATE TABLE hosts ( id SERIAL PRIMARY KEY, name VARCHAR(255) ); CREATE TABLE items ( id SERIAL PRIMARY KEY, description TEXT ); CREATE TABLE host_item ( id SERIAL PRIMARY KEY, host INTEGER REFERENCES hosts(id) ON DELETE CASCADE ON UPDATE CASCADE, item INTEGER REFERENCES items(id) ON DELETE CASCADE ON UPDATE CASCADE ); There are some other fields as well, but those are not relevant. I want to extract 2 different reports: - List of all hosts with the number of items per, ordered from highest to lowest count - List of all items with the number of hosts per, ordered from highest to lowest count I have used 2 queries for the purpose: Items with host count: SELECT i.id, i.description, COUNT(hi.id) AS count FROM items AS i LEFT JOIN host_item AS hi ON (i.id=hi.item) GROUP BY i.id ORDER BY count DESC LIMIT 10; Hosts with item count: SELECT h.id, h.name, COUNT(hi.id) AS count FROM hosts AS h LEFT JOIN host_item AS hi ON (h.id=hi.host) GROUP BY h.id ORDER BY count DESC LIMIT 10; Problem is: the queries runs for 5-6 seconds before returning any data. As this is a web based application, 6 seconds are just not acceptable. The database is heavily populated with approximately 50k hosts, 1000 items and 400 000 host/items relations, and will likely increase significantly when (or perhaps if) the application will be used. After playing around, I found that by removing the "ORDER BY count DESC" part, both queries would execute instantly without any delay whatsoever (less than 20ms to finish the queries). Is there any way I can optimize these queries so that I can get the result sorted without the delay? I was trying different indexes, but seeing as the count is computed it is possible to utilize an index for this. I have read that count()'ing in postgresql is slow, but its the sorting that are causing me problems... My current workaround is to run the queries above as an hourly job, putting the result into a new table with an index on the count column for quick lookup. I use Postgresql 9.2.

  • Changing a select input to a checkbox acting as an on/off toggle switch in Rails

    I have a set of 7 dropdown inputs allowing admins to say whether they are open or closed for business on a given day. I'd like that changed to 7 open/closed switches (presumably styled checkboxes?) but can't figure out how to do this! If you’ve been putting off getting organized because the task is too huge or daunting, or you don’t know where to start, we’ve got 40 tips to get you on the path to zen mastery of your filing system. For all those readers who would like to get their files and folders organized, or, if they’re already organized, better organized—we have compiled a complete guide to getting organized and staying organized, a comprehensive article that will hopefully cover every possible tip you could want. Signs that Your Computer is Poorly Organized If your computer is a mess, you’re probably already aware of it.  But just in case you’re not, here are some tell-tale signs: Your Desktop has over 40 icons on it “My Documents” contains over 300 files and 60 folders, including MP3s and digital photos You use the Windows’ built-in search facility whenever you need to find a file You can’t find programs in the out-of-control list of programs in your Start Menu You save all your Word documents in one folder, all your spreadsheets in a second folder, etc Any given file that you’re looking for may be in any one of four different sets of folders But before we start, here are some quick notes: We’re going to assume you know what files and folders are, and how to create, save, rename, copy and delete them The organization principles described in this article apply equally to all computer systems.  However, the screenshots here will reflect how things look on Windows (usually Windows 7).  We will also mention some useful features of Windows that can help you get organized. At the end of the article we’ll be asking you, the reader, for your own organization tips. Why Bother Organizing At All? For some, the answer to this question is self-evident. And yet, in this era of powerful desktop search software (the search capabilities built into the Windows Vista and Windows 7 Start Menus, and third-party programs like Google Desktop Search), the question does need to be asked, and answered. I have a friend who puts every file he ever creates, receives or downloads into his My Documents folder and doesn’t bother filing them into subfolders at all.  He relies on the search functionality built into his Windows operating system to help him find whatever he’s looking for.  And he always finds it.  He’s a Search Samurai.  For him, filing is a waste of valuable time that could be spent enjoying life! It’s tempting to follow suit.  On the face of it, why would anyone bother to take the time to organize their hard disk when such excellent search software is available?  Well, if all you ever want to do with the files you own is to locate and open them individually (for listening, editing, etc), then there’s no reason to ever bother doing one scrap of organization.  But consider these common tasks that are not achievable with desktop search software: Find files manually.  Often it’s not convenient, speedy or even possible to utilize your desktop search software to find what you want.  It doesn’t work 100% of the time, or you may not even have it installed.  Sometimes its just plain faster to go straight to the file you want, if you know it’s in a particular sub-folder, rather than trawling through hundreds of search results. Find groups of similar files (e.g. all your “work” files, all the photos of your Europe holiday in 2008, all your music videos, all the MP3s from Dark Side of the Moon, all your letters you wrote to your wife, all your tax returns).  Clever naming of the files will only get you so far.  Sometimes it’s the date the file was created that’s important, other times it’s the file format, and other times it’s the purpose of the file.  How do you name a collection of files so that they’re easy to isolate based on any of the above criteria?  Short answer, you can’t. Move files to a new computer.  It’s time to upgrade your computer.  How do you quickly grab all the files that are important to you?  Or you decide to have two computers now – one for home and one for work.  How do you quickly isolate only the work-related files to move them to the work computer? Synchronize files to other computers.  If you have more than one computer, and you need to mirror some of your files onto the other computer (e.g. your music collection), then you need a way to quickly determine which files are to be synced and which are not.  Surely you don’t want to synchronize everything? Choose which files to back up.  If your backup regime calls for multiple backups, or requires speedy backups, then you’ll need to be able to specify which files are to be backed up, and which are not.  This is not possible if they’re all in the same folder. Finally, if you’re simply someone who takes pleasure in being organized, tidy and ordered (me! me!), then you don’t even need a reason.  Being disorganized is simply unthinkable. Tips on Getting Organized Here we present our 40 best tips on how to get organized.  Or, if you’re already organized, to get better organized. Tip #1.  Choose Your Organization System Carefully The reason that most people are not organized is that it takes time.  And the first thing that takes time is deciding upon a system of organization.  This is always a matter of personal preference, and is not something that a geek on a website can tell you.  You should always choose your own system, based on how your own brain is organized (which makes the assumption that your brain is, in fact, organized). We can’t instruct you, but we can make suggestions: You may want to start off with a system based on the users of the computer.  i.e. “My Files”, “My Wife’s Files”, My Son’s Files”, etc.  Inside “My Files”, you might then break it down into “Personal” and “Business”.  You may then realize that there are overlaps.  For example, everyone may want to share access to the music library, or the photos from the school play.  So you may create another folder called “Family”, for the “common” files. You may decide that the highest-level breakdown of your files is based on the “source” of each file.  In other words, who created the files.  You could have “Files created by ME (business or personal)”, “Files created by people I know (family, friends, etc)”, and finally “Files created by the rest of the world (MP3 music files, downloaded or ripped movies or TV shows, software installation files, gorgeous desktop wallpaper images you’ve collected, etc).”  This system happens to be the one I use myself.  See below:  Mark is for files created by meVC is for files created by my company (Virtual Creations)Others is for files created by my friends and familyData is the rest of the worldAlso, Settings is where I store the configuration files and other program data files for my installed software (more on this in tip #34, below). Each folder will present its own particular set of requirements for further sub-organization.  For example, you may decide to organize your music collection into sub-folders based on the artist’s name, while your digital photos might get organized based on the date they were taken.  It can be different for every sub-folder! Another strategy would be based on “currentness”.  Files you have yet to open and look at live in one folder.  Ones that have been looked at but not yet filed live in another place.  Current, active projects live in yet another place.  All other files (your “archive”, if you like) would live in a fourth folder. (And of course, within that last folder you’d need to create a further sub-system based on one of the previous bullet points). Put some thought into this – changing it when it proves incomplete can be a big hassle!  Before you go to the trouble of implementing any system you come up with, examine a wide cross-section of the files you own and see if they will all be able to find a nice logical place to sit within your system. Tip #2.  When You Decide on Your System, Stick to It! There’s nothing more pointless than going to all the trouble of creating a system and filing all your files, and then whenever you create, receive or download a new file, you simply dump it onto your Desktop.  You need to be disciplined – forever!  Every new file you get, spend those extra few seconds to file it where it belongs!  Otherwise, in just a month or two, you’ll be worse off than before – half your files will be organized and half will be disorganized – and you won’t know which is which! Tip #3.  Choose the Root Folder of Your Structure Carefully Every data file (document, photo, music file, etc) that you create, own or is important to you, no matter where it came from, should be found within one single folder, and that one single folder should be located at the root of your C: drive (as a sub-folder of C:\).  In other words, do not base your folder structure in standard folders like “My Documents”.  If you do, then you’re leaving it up to the operating system engineers to decide what folder structure is best for you.  And every operating system has a different system!  In Windows 7 your files are found in C:\Users\YourName, whilst on Windows XP it was C:\Documents and Settings\YourName\My Documents.  In UNIX systems it’s often /home/YourName. These standard default folders tend to fill up with junk files and folders that are not at all important to you.  “My Documents” is the worst offender.  Every second piece of software you install, it seems, likes to create its own folder in the “My Documents” folder.  These folders usually don’t fit within your organizational structure, so don’t use them!  In fact, don’t even use the “My Documents” folder at all.  Allow it to fill up with junk, and then simply ignore it.  It sounds heretical, but: Don’t ever visit your “My Documents” folder!  Remove your icons/links to “My Documents” and replace them with links to the folders you created and you care about! Create your own file system from scratch!  Probably the best place to put it would be on your D: drive – if you have one.  This way, all your files live on one drive, while all the operating system and software component files live on the C: drive – simply and elegantly separated.  The benefits of that are profound.  Not only are there obvious organizational benefits (see tip #10, below), but when it comes to migrate your data to a new computer, you can (sometimes) simply unplug your D: drive and plug it in as the D: drive of your new computer (this implies that the D: drive is actually a separate physical disk, and not a partition on the same disk as C:).  You also get a slight speed improvement (again, only if your C: and D: drives are on separate physical disks). Warning:  From tip #12, below, you will see that it’s actually a good idea to have exactly the same file system structure – including the drive it’s filed on – on all of the computers you own.  So if you decide to use the D: drive as the storage system for your own files, make sure you are able to use the D: drive on all the computers you own.  If you can’t ensure that, then you can still use a clever geeky trick to store your files on the D: drive, but still access them all via the C: drive (see tip #17, below). If you only have one hard disk (C:), then create a dedicated folder that will contain all your files – something like C:\Files.  The name of the folder is not important, but make it a single, brief word. There are several reasons for this: When creating a backup regime, it’s easy to decide what files should be backed up – they’re all in the one folder! If you ever decide to trade in your computer for a new one, you know exactly which files to migrate You will always know where to begin a search for any file If you synchronize files with other computers, it makes your synchronization routines very simple.   It also causes all your shortcuts to continue to work on the other machines (more about this in tip #24, below). Once you’ve decided where your files should go, then put all your files in there – Everything!  Completely disregard the standard, default folders that are created for you by the operating system (“My Music”, “My Pictures”, etc).  In fact, you can actually relocate many of those folders into your own structure (more about that below, in tip #6). The more completely you get all your data files (documents, photos, music, etc) and all your configuration settings into that one folder, then the easier it will be to perform all of the above tasks. Once this has been done, and all your files live in one folder, all the other folders in C:\ can be thought of as “operating system” folders, and therefore of little day-to-day interest for us. Here’s a screenshot of a nicely organized C: drive, where all user files are located within the \Files folder:   Tip #4.  Use Sub-Folders This would be our simplest and most obvious tip.  It almost goes without saying.  Any organizational system you decide upon (see tip #1) will require that you create sub-folders for your files.  Get used to creating folders on a regular basis. Tip #5.  Don’t be Shy About Depth Create as many levels of sub-folders as you need.  Don’t be scared to do so.  Every time you notice an opportunity to group a set of related files into a sub-folder, do so.  Examples might include:  All the MP3s from one music CD, all the photos from one holiday, or all the documents from one client. It’s perfectly okay to put files into a folder called C:\Files\Me\From Others\Services\WestCo Bank\Statements\2009.  That’s only seven levels deep.  Ten levels is not uncommon.  Of course, it’s possible to take this too far.  If you notice yourself creating a sub-folder to hold only one file, then you’ve probably become a little over-zealous.  On the other hand, if you simply create a structure with only two levels (for example C:\Files\Work) then you really haven’t achieved any level of organization at all (unless you own only six files!).  Your “Work” folder will have become a dumping ground, just like your Desktop was, with most likely hundreds of files in it. Tip #6.  Move the Standard User Folders into Your Own Folder Structure Most operating systems, including Windows, create a set of standard folders for each of its users.  These folders then become the default location for files such as documents, music files, digital photos and downloaded Internet files.  In Windows 7, the full list is shown below: Some of these folders you may never use nor care about (for example, the Favorites folder, if you’re not using Internet Explorer as your browser).  Those ones you can leave where they are.  But you may be using some of the other folders to store files that are important to you.  Even if you’re not using them, Windows will still often treat them as the default storage location for many types of files.  When you go to save a standard file type, it can become annoying to be automatically prompted to save it in a folder that’s not part of your own file structure. But there’s a simple solution:  Move the folders you care about into your own folder structure!  If you do, then the next time you go to save a file of the corresponding type, Windows will prompt you to save it in the new, moved location. Moving the folders is easy.  Simply drag-and-drop them to the new location.  Here’s a screenshot of the default My Music folder being moved to my custom personal folder (Mark): Tip #7.  Name Files and Folders Intelligently This is another one that almost goes without saying, but we’ll say it anyway:  Do not allow files to be created that have meaningless names like Document1.doc, or folders called New Folder (2).  Take that extra 20 seconds and come up with a meaningful name for the file/folder – one that accurately divulges its contents without repeating the entire contents in the name. Tip #8.  Watch Out for Long Filenames Another way to tell if you have not yet created enough depth to your folder hierarchy is that your files often require really long names.  If you need to call a file Johnson Sales Figures March 2009.xls (which might happen to live in the same folder as Abercrombie Budget Report 2008.xls), then you might want to create some sub-folders so that the first file could be simply called March.xls, and living in the Clients\Johnson\Sales Figures\2009 folder. A well-placed file needs only a brief filename! Tip #9.  Use Shortcuts!  Everywhere! This is probably the single most useful and important tip we can offer.  A shortcut allows a file to be in two places at once. Why would you want that?  Well, the file and folder structure of every popular operating system on the market today is hierarchical.  This means that all objects (files and folders) always live within exactly one parent folder.  It’s a bit like a tree.  A tree has branches (folders) and leaves (files).  Each leaf, and each branch, is supported by exactly one parent branch, all the way back to the root of the tree (which, incidentally, is exactly why C:\ is called the “root folder” of the C: drive). That hard disks are structured this way may seem obvious and even necessary, but it’s only one way of organizing data.  There are others:  Relational databases, for example, organize structured data entirely differently.  The main limitation of hierarchical filing structures is that a file can only ever be in one branch of the tree – in only one folder – at a time.  Why is this a problem?  Well, there are two main reasons why this limitation is a problem for computer users: The “correct” place for a file, according to our organizational rationale, is very often a very inconvenient place for that file to be located.  Just because it’s correctly filed doesn’t mean it’s easy to get to.  Your file may be “correctly” buried six levels deep in your sub-folder structure, but you may need regular and speedy access to this file every day.  You could always move it to a more convenient location, but that would mean that you would need to re-file back to its “correct” location it every time you’d finished working on it.  Most unsatisfactory. A file may simply “belong” in two or more different locations within your file structure.  For example, say you’re an accountant and you have just completed the 2009 tax return for John Smith.  It might make sense to you to call this file 2009 Tax Return.doc and file it under Clients\John Smith.  But it may also be important to you to have the 2009 tax returns from all your clients together in the one place.  So you might also want to call the file John Smith.doc and file it under Tax Returns\2009.  The problem is, in a purely hierarchical filing system, you can’t put it in both places.  Grrrrr! Fortunately, Windows (and most other operating systems) offers a way for you to do exactly that:  It’s called a “shortcut” (also known as an “alias” on Macs and a “symbolic link” on UNIX systems).  Shortcuts allow a file to exist in one place, and an icon that represents the file to be created and put anywhere else you please.  In fact, you can create a dozen such icons and scatter them all over your hard disk.  Double-clicking on one of these icons/shortcuts opens up the original file, just as if you had double-clicked on the original file itself. Consider the following two icons: The one on the left is the actual Word document, while the one on the right is a shortcut that represents the Word document.  Double-clicking on either icon will open the same file.  There are two main visual differences between the icons: The shortcut will have a small arrow in the lower-left-hand corner (on Windows, anyway) The shortcut is allowed to have a name that does not include the file extension (the “.docx” part, in this case) You can delete the shortcut at any time without losing any actual data.  The original is still intact.  All you lose is the ability to get to that data from wherever the shortcut was. So why are shortcuts so great?  Because they allow us to easily overcome the main limitation of hierarchical file systems, and put a file in two (or more) places at the same time.  You will always have files that don’t play nice with your organizational rationale, and can’t be filed in only one place.  They demand to exist in two places.  Shortcuts allow this!  Furthermore, they allow you to collect your most often-opened files and folders together in one spot for convenient access.  The cool part is that the original files stay where they are, safe forever in their perfectly organized location. So your collection of most often-opened files can – and should – become a collection of shortcuts! If you’re still not convinced of the utility of shortcuts, consider the following well-known areas of a typical Windows computer: The Start Menu (and all the programs that live within it) The Quick Launch bar (or the Superbar in Windows 7) The “Favorite folders” area in the top-left corner of the Windows Explorer window (in Windows Vista or Windows 7) Your Internet Explorer Favorites or Firefox Bookmarks Each item in each of these areas is a shortcut!  Each of those areas exist for one purpose only:  For convenience – to provide you with a collection of the files and folders you access most often. It should be easy to see by now that shortcuts are designed for one single purpose:  To make accessing your files more convenient.  Each time you double-click on a shortcut, you are saved the hassle of locating the file (or folder, or program, or drive, or control panel icon) that it represents. Shortcuts allow us to invent a golden rule of file and folder organization: “Only ever have one copy of a file – never have two copies of the same file.  Use a shortcut instead” (this rule doesn’t apply to copies created for backup purposes, of course!) There are also lesser rules, like “don’t move a file into your work area – create a shortcut there instead”, and “any time you find yourself frustrated with how long it takes to locate a file, create a shortcut to it and place that shortcut in a convenient location.” So how to we create these massively useful shortcuts?  There are two main ways: “Copy” the original file or folder (click on it and type Ctrl-C, or right-click on it and select Copy):  Then right-click in an empty area of the destination folder (the place where you want the shortcut to go) and select Paste shortcut: Right-drag (drag with the right mouse button) the file from the source folder to the destination folder.  When you let go of the mouse button at the destination folder, a menu pops up: Select Create shortcuts here. Note that when shortcuts are created, they are often named something like Shortcut to Budget Detail.doc (windows XP) or Budget Detail – Shortcut.doc (Windows 7).   If you don’t like those extra words, you can easily rename the shortcuts after they’re created, or you can configure Windows to never insert the extra words in the first place (see our article on how to do this). And of course, you can create shortcuts to folders too, not just to files! Bottom line: Whenever you have a file that you’d like to access from somewhere else (whether it’s convenience you’re after, or because the file simply belongs in two places), create a shortcut to the original file in the new location. Tip #10.  Separate Application Files from Data Files Any digital organization guru will drum this rule into you.  Application files are the components of the software you’ve installed (e.g. Microsoft Word, Adobe Photoshop or Internet Explorer).  Data files are the files that you’ve created for yourself using that software (e.g. Word Documents, digital photos, emails or playlists). Software gets installed, uninstalled and upgraded all the time.  Hopefully you always have the original installation media (or downloaded set-up file) kept somewhere safe, and can thus reinstall your software at any time.  This means that the software component files are of little importance.  Whereas the files you have created with that software is, by definition, important.  It’s a good rule to always separate unimportant files from important files. So when your software prompts you to save a file you’ve just created, take a moment and check out where it’s suggesting that you save the file.  If it’s suggesting that you save the file into the same folder as the software itself, then definitely don’t follow that suggestion.  File it in your own folder!  In fact, see if you can find the program’s configuration option that determines where files are saved by default (if it has one), and change it. Tip #11.  Organize Files Based on Purpose, Not on File Type If you have, for example a folder called Work\Clients\Johnson, and within that folder you have two sub-folders, Word Documents and Spreadsheets (in other words, you’re separating “.doc” files from “.xls” files), then chances are that you’re not optimally organized.  It makes little sense to organize your files based on the program that created them.  Instead, create your sub-folders based on the purpose of the file.  For example, it would make more sense to create sub-folders called Correspondence and Financials.  It may well be that all the files in a given sub-folder are of the same file-type, but this should be more of a coincidence and less of a design feature of your organization system. Tip #12.  Maintain the Same Folder Structure on All Your Computers In other words, whatever organizational system you create, apply it to every computer that you can.  There are several benefits to this: There’s less to remember.  No matter where you are, you always know where to look for your files If you copy or synchronize files from one computer to another, then setting up the synchronization job becomes very simple Shortcuts can be copied or moved from one computer to another with ease (assuming the original files are also copied/moved).  There’s no need to find the target of the shortcut all over again on the second computer Ditto for linked files (e.g Word documents that link to data in a separate Excel file), playlists, and any files that reference the exact file locations of other files. This applies even to the drive that your files are stored on.  If your files are stored on C: on one computer, make sure they’re stored on C: on all your computers.  Otherwise all your shortcuts, playlists and linked files will stop working! Tip #13.  Create an “Inbox” Folder Create yourself a folder where you store all files that you’re currently working on, or that you haven’t gotten around to filing yet.  You can think of this folder as your “to-do” list.  You can call it “Inbox” (making it the same metaphor as your email system), or “Work”, or “To-Do”, or “Scratch”, or whatever name makes sense to you.  It doesn’t matter what you call it – just make sure you have one! Once you have finished working on a file, you then move it from the “Inbox” to its correct location within your organizational structure. You may want to use your Desktop as this “Inbox” folder.  Rightly or wrongly, most people do.  It’s not a bad place to put such files, but be careful:  If you do decide that your Desktop represents your “to-do” list, then make sure that no other files find their way there.  In other words, make sure that your “Inbox”, wherever it is, Desktop or otherwise, is kept free of junk – stray files that don’t belong there. So where should you put this folder, which, almost by definition, lives outside the structure of the rest of your filing system?  Well, first and foremost, it has to be somewhere handy.  This will be one of your most-visited folders, so convenience is key.  Putting it on the Desktop is a great option – especially if you don’t have any other folders on your Desktop:  the folder then becomes supremely easy to find in Windows Explorer: You would then create shortcuts to this folder in convenient spots all over your computer (“Favorite Links”, “Quick Launch”, etc). Tip #14.  Ensure You have Only One “Inbox” Folder Once you’ve created your “Inbox” folder, don’t use any other folder location as your “to-do list”.  Throw every incoming or created file into the Inbox folder as you create/receive it.  This keeps the rest of your computer pristine and free of randomly created or downloaded junk.  The last thing you want to be doing is checking multiple folders to see all your current tasks and projects.  Gather them all together into one folder. Here are some tips to help ensure you only have one Inbox: Set the default “save” location of all your programs to this folder. Set the default “download” location for your browser to this folder. If this folder is not your desktop (recommended) then also see if you can make a point of not putting “to-do” files on your desktop.  This keeps your desktop uncluttered and Zen-like: (the Inbox folder is in the bottom-right corner) Tip #15.  Be Vigilant about Clearing Your “Inbox” Folder This is one of the keys to staying organized.  If you let your “Inbox” overflow (i.e. allow there to be more than, say, 30 files or folders in there), then you’re probably going to start feeling like you’re overwhelmed:  You’re not keeping up with your to-do list.  Once your Inbox gets beyond a certain point (around 30 files, studies have shown), then you’ll simply start to avoid it.  You may continue to put files in there, but you’ll be scared to look at it, fearing the “out of control” feeling that all overworked, chaotic or just plain disorganized people regularly feel. So, here’s what you can do: Visit your Inbox/to-do folder regularly (at least five times per day). Scan the folder regularly for files that you have completed working on and are ready for filing.  File them immediately. Make it a source of pride to keep the number of files in this folder as small as possible.  If you value peace of mind, then make the emptiness of this folder one of your highest (computer) priorities If you know that a particular file has been in the folder for more than, say, six weeks, then admit that you’re not actually going to get around to processing it, and move it to its final resting place. Tip #16.  File Everything Immediately, and Use Shortcuts for Your Active Projects As soon as you create, receive or download a new file, store it away in its “correct” folder immediately.  Then, whenever you need to work on it (possibly straight away), create a shortcut to it in your “Inbox” (“to-do”) folder or your desktop.  That way, all your files are always in their “correct” locations, yet you still have immediate, convenient access to your current, active files.  When you finish working on a file, simply delete the shortcut. Ideally, your “Inbox” folder – and your Desktop – should contain no actual files or folders.  They should simply contain shortcuts. Tip #17.  Use Directory Symbolic Links (or Junctions) to Maintain One Unified Folder Structure Using this tip, we can get around a potential hiccup that we can run into when creating our organizational structure – the issue of having more than one drive on our computer (C:, D:, etc).  We might have files we need to store on the D: drive for space reasons, and yet want to base our organized folder structure on the C: drive (or vice-versa). Your chosen organizational structure may dictate that all your files must be accessed from the C: drive (for example, the root folder of all your files may be something like C:\Files).  And yet you may still have a D: drive and wish to take advantage of the hundreds of spare Gigabytes that it offers.  Did you know that it’s actually possible to store your files on the D: drive and yet access them as if they were on the C: drive?  And no, we’re not talking about shortcuts here (although the concept is very similar). By using the shell command mklink, you can essentially take a folder that lives on one drive and create an alias for it on a different drive (you can do lots more than that with mklink – for a full rundown on this programs capabilities, see our dedicated article).  These aliases are called directory symbolic links (and used to be known as junctions).  You can think of them as “virtual” folders.  They function exactly like regular folders, except they’re physically located somewhere else. For example, you may decide that your entire D: drive contains your complete organizational file structure, but that you need to reference all those files as if they were on the C: drive, under C:\Files.  If that was the case you could create C:\Files as a directory symbolic link – a link to D:, as follows: mklink /d c:\files d:\ Or it may be that the only files you wish to store on the D: drive are your movie collection.  You could locate all your movie files in the root of your D: drive, and then link it to C:\Files\Media\Movies, as follows: mklink /d c:\files\media\movies d:\ (Needless to say, you must run these commands from a command prompt – click the Start button, type cmd and press Enter) Tip #18. Customize Your Folder Icons This is not strictly speaking an organizational tip, but having unique icons for each folder does allow you to more quickly visually identify which folder is which, and thus saves you time when you’re finding files.  An example is below (from my folder that contains all files downloaded from the Internet): To learn how to change your folder icons, please refer to our dedicated article on the subject. Tip #19.  Tidy Your Start Menu The Windows Start Menu is usually one of the messiest parts of any Windows computer.  Every program you install seems to adopt a completely different approach to placing icons in this menu.  Some simply put a single program icon.  Others create a folder based on the name of the software.  And others create a folder based on the name of the software manufacturer.  It’s chaos, and can make it hard to find the software you want to run. Thankfully we can avoid this chaos with useful operating system features like Quick Launch, the Superbar or pinned start menu items. Even so, it would make a lot of sense to get into the guts of the Start Menu itself and give it a good once-over.  All you really need to decide is how you’re going to organize your applications.  A structure based on the purpose of the application is an obvious candidate.  Below is an example of one such structure: In this structure, Utilities means software whose job it is to keep the computer itself running smoothly (configuration tools, backup software, Zip programs, etc).  Applications refers to any productivity software that doesn’t fit under the headings Multimedia, Graphics, Internet, etc. In case you’re not aware, every icon in your Start Menu is a shortcut and can be manipulated like any other shortcut (copied, moved, deleted, etc). With the Windows Start Menu (all version of Windows), Microsoft has decided that there be two parallel folder structures to store your Start Menu shortcuts.  One for you (the logged-in user of the computer) and one for all users of the computer.  Having two parallel structures can often be redundant:  If you are the only user of the computer, then having two parallel structures is totally redundant.  Even if you have several users that regularly log into the computer, most of your installed software will need to be made available to all users, and should thus be moved out of the “just you” version of the Start Menu and into the “all users” area. To take control of your Start Menu, so you can start organizing it, you’ll need to know how to access the actual folders and shortcut files that make up the Start Menu (both versions of it).  To find these folders and files, click the Start button and then right-click on the All Programs text (Windows XP users should right-click on the Start button itself): The Open option refers to the “just you” version of the Start Menu, while the Open All Users option refers to the “all users” version.  Click on the one you want to organize. A Windows Explorer window then opens with your chosen version of the Start Menu selected.  From there it’s easy.  Double-click on the Programs folder and you’ll see all your folders and shortcuts.  Now you can delete/rename/move until it’s just the way you want it. Note:  When you’re reorganizing your Start Menu, you may want to have two Explorer windows open at the same time – one showing the “just you” version and one showing the “all users” version.  You can drag-and-drop between the windows. Tip #20.  Keep Your Start Menu Tidy Once you have a perfectly organized Start Menu, try to be a little vigilant about keeping it that way.  Every time you install a new piece of software, the icons that get created will almost certainly violate your organizational structure. So to keep your Start Menu pristine and organized, make sure you do the following whenever you install a new piece of software: Check whether the software was installed into the “just you” area of the Start Menu, or the “all users” area, and then move it to the correct area. Remove all the unnecessary icons (like the “Read me” icon, the “Help” icon (you can always open the help from within the software itself when it’s running), the “Uninstall” icon, the link(s)to the manufacturer’s website, etc) Rename the main icon(s) of the software to something brief that makes sense to you.  For example, you might like to rename Microsoft Office Word 2010 to simply Word Move the icon(s) into the correct folder based on your Start Menu organizational structure And don’t forget:  when you uninstall a piece of software, the software’s uninstall routine is no longer going to be able to remove the software’s icon from the Start Menu (because you moved and/or renamed it), so you’ll need to remove that icon manually. Tip #21.  Tidy C:\ The root of your C: drive (C:\) is a common dumping ground for files and folders – both by the users of your computer and by the software that you install on your computer.  It can become a mess. There’s almost no software these days that requires itself to be installed in C:\.  99% of the time it can and should be installed into C:\Program Files.  And as for your own files, well, it’s clear that they can (and almost always should) be stored somewhere else. In an ideal world, your C:\ folder should look like this (on Windows 7): Note that there are some system files and folders in C:\ that are usually and deliberately “hidden” (such as the Windows virtual memory file pagefile.sys, the boot loader file bootmgr, and the System Volume Information folder).  Hiding these files and folders is a good idea, as they need to stay where they are and are almost never needed to be opened or even seen by you, the user.  Hiding them prevents you from accidentally messing with them, and enhances your sense of order and well-being when you look at your C: drive folder. Tip #22.  Tidy Your Desktop The Desktop is probably the most abused part of a Windows computer (from an organization point of view).  It usually serves as a dumping ground for all incoming files, as well as holding icons to oft-used applications, plus some regularly opened files and folders.  It often ends up becoming an uncontrolled mess.  See if you can avoid this.  Here’s why… Application icons (Word, Internet Explorer, etc) are often found on the Desktop, but it’s unlikely that this is the optimum place for them.  The “Quick Launch” bar (or the Superbar in Windows 7) is always visible and so represents a perfect location to put your icons.  You’ll only be able to see the icons on your Desktop when all your programs are minimized.  It might be time to get your application icons off your desktop… You may have decided that the Inbox/To-do folder on your computer (see tip #13, above) should be your Desktop.  If so, then enough said.  Simply be vigilant about clearing it and preventing it from being polluted by junk files (see tip #15, above).  On the other hand, if your Desktop is not acting as your “Inbox” folder, then there’s no reason for it to have any data files or folders on it at all, except perhaps a couple of shortcuts to often-opened files and folders (either ongoing or current projects).  Everything else should be moved to your “Inbox” folder. In an ideal world, it might look like this: Tip #23.  Move Permanent Items on Your Desktop Away from the Top-Left Corner When files/folders are dragged onto your desktop in a Windows Explorer window, or when shortcuts are created on your Desktop from Internet Explorer, those icons are always placed in the top-left corner – or as close as they can get.  If you have other files, folders or shortcuts that you keep on the Desktop permanently, then it’s a good idea to separate these permanent icons from the transient ones, so that you can quickly identify which ones the transients are.  An easy way to do this is to move all your permanent icons to the right-hand side of your Desktop.  That should keep them separated from incoming items. Tip #24.  Synchronize If you have more than one computer, you’ll almost certainly want to share files between them.  If the computers are permanently attached to the same local network, then there’s no need to store multiple copies of any one file or folder – shortcuts will suffice.  However, if the computers are not always on the same network, then you will at some point need to copy files between them.  For files that need to permanently live on both computers, the ideal way to do this is to synchronize the files, as opposed to simply copying them. We only have room here to write a brief summary of synchronization, not a full article.  In short, there are several different types of synchronization: Where the contents of one folder are accessible anywhere, such as with Dropbox Where the contents of any number of folders are accessible anywhere, such as with Windows Live Mesh Where any files or folders from anywhere on your computer are synchronized with exactly one other computer, such as with the Windows “Briefcase”, Microsoft SyncToy, or (much more powerful, yet still free) SyncBack from 2BrightSparks.  This only works when both computers are on the same local network, at least temporarily. A great advantage of synchronization solutions is that once you’ve got it configured the way you want it, then the sync process happens automatically, every time.  Click a button (or schedule it to happen automatically) and all your files are automagically put where they’re supposed to be. If you maintain the same file and folder structure on both computers, then you can also sync files depend upon the correct location of other files, like shortcuts, playlists and office documents that link to other office documents, and the synchronized files still work on the other computer! Tip #25.  Hide Files You Never Need to See If you have your files well organized, you will often be able to tell if a file is out of place just by glancing at the contents of a folder (for example, it should be pretty obvious if you look in a folder that contains all the MP3s from one music CD and see a Word document in there).  This is a good thing – it allows you to determine if there are files out of place with a quick glance.  Yet sometimes there are files in a folder that seem out of place but actually need to be there, such as the “folder art” JPEGs in music folders, and various files in the root of the C: drive.  If such files never need to be opened by you, then a good idea is to simply hide them.  Then, the next time you glance at the folder, you won’t have to remember whether that file was supposed to be there or not, because you won’t see it at all! To hide a file, simply right-click on it and choose Properties: Then simply tick the Hidden tick-box:   Tip #26.  Keep Every Setup File These days most software is downloaded from the Internet.  Whenever you download a piece of software, keep it.  You’ll never know when you need to reinstall the software. Further, keep with it an Internet shortcut that links back to the website where you originally downloaded it, in case you ever need to check for updates. See tip #33 below for a full description of the excellence of organizing your setup files. Tip #27.  Try to Minimize the Number of Folders that Contain Both Files and Sub-folders Some of the folders in your organizational structure will contain only files.  Others will contain only sub-folders.  And you will also have some folders that contain both files and sub-folders.  You will notice slight improvements in how long it takes you to locate a file if you try to avoid this third type of folder.  It’s not always possible, of course – you’ll always have some of these folders, but see if you can avoid it. One way of doing this is to take all the leftover files that didn’t end up getting stored in a sub-folder and create a special “Miscellaneous” or “Other” folder for them. Tip #28.  Starting a Filename with an Underscore Brings it to the Top of a List Further to the previous tip, if you name that “Miscellaneous” or “Other” folder in such a way that its name begins with an underscore “_”, then it will appear at the top of the list of files/folders. The screenshot below is an example of this.  Each folder in the list contains a set of digital photos.  The folder at the top of the list, _Misc, contains random photos that didn’t deserve their own dedicated folder: Tip #29.  Clean Up those CD-ROMs and (shudder!) Floppy Disks Have you got a pile of CD-ROMs stacked on a shelf of your office?  Old photos, or files you archived off onto CD-ROM (or even worse, floppy disks!) because you didn’t have enough disk space at the time?  In the meantime have you upgraded your computer and now have 500 Gigabytes of space you don’t know what to do with?  If so, isn’t it time you tidied up that stack of disks and filed them into your gorgeous new folder structure? So what are you waiting for?  Bite the bullet, copy them all back onto your computer, file them in their appropriate folders, and then back the whole lot up onto a shiny new 1000Gig external hard drive! Useful Folders to Create This next section suggests some useful folders that you might want to create within your folder structure.  I’ve personally found them to be indispensable. The first three are all about convenience – handy folders to create and then put somewhere that you can always access instantly.  For each one, it’s not so important where the actual folder is located, but it’s very important where you put the shortcut(s) to the folder.  You might want to locate the shortcuts: On your Desktop In your “Quick Launch” area (or pinned to your Windows 7 Superbar) In your Windows Explorer “Favorite Links” area Tip #30.  Create an “Inbox” (“To-Do”) Folder This has already been mentioned in depth (see tip #13), but we wanted to reiterate its importance here.  This folder contains all the recently created, received or downloaded files that you have not yet had a chance to file away properly, and it also may contain files that you have yet to process.  In effect, it becomes a sort of “to-do list”.  It doesn’t have to be called “Inbox” – you can call it whatever you want. Tip #31.  Create a Folder where Your Current Projects are Collected Rather than going hunting for them all the time, or dumping them all on your desktop, create a special folder where you put links (or work folders) for each of the projects you’re currently working on. You can locate this folder in your “Inbox” folder, on your desktop, or anywhere at all – just so long as there’s a way of getting to it quickly, such as putting a link to it in Windows Explorer’s “Favorite Links” area: Tip #32.  Create a Folder for Files and Folders that You Regularly Open You will always have a few files that you open regularly, whether it be a spreadsheet of your current accounts, or a favorite playlist.  These are not necessarily “current projects”, rather they’re simply files that you always find yourself opening.  Typically such files would be located on your desktop (or even better, shortcuts to those files).  Why not collect all such shortcuts together and put them in their own special folder? As with the “Current Projects” folder (above), you would want to locate that folder somewhere convenient.  Below is an example of a folder called “Quick links”, with about seven files (shortcuts) in it, that is accessible through the Windows Quick Launch bar: See tip #37 below for a full explanation of the power of the Quick Launch bar. Tip #33.  Create a “Set-ups” Folder A typical computer has dozens of applications installed on it.  For each piece of software, there are often many different pieces of information you need to keep track of, including: The original installation setup file(s).  This can be anything from a simple 100Kb setup.exe file you downloaded from a website, all the way up to a 4Gig ISO file that you copied from a DVD-ROM that you purchased. The home page of the software manufacturer (in case you need to look up something on their support pages, their forum or their online help) The page containing the download link for your actual file (in case you need to re-download it, or download an upgraded version) The serial number Your proof-of-purchase documentation Any other template files, plug-ins, themes, etc that also need to get installed For each piece of software, it’s a great idea to gather all of these files together and put them in a single folder.  The folder can be the name of the software (plus possibly a very brief description of what it’s for – in case you can’t remember what the software does based in its name).  Then you would gather all of these folders together into one place, and call it something like “Software” or “Setups”. If you have enough of these folders (I have several hundred, being a geek, collected over 20 years), then you may want to further categorize them.  My own categorization structure is based on “platform” (operating system): The last seven folders each represents one platform/operating system, while _Operating Systems contains set-up files for installing the operating systems themselves.  _Hardware contains ROMs for hardware I own, such as routers. Within the Windows folder (above), you can see the beginnings of the vast library of software I’ve compiled over the years: An example of a typical application folder looks like this: Tip #34.  Have a “Settings” Folder We all know that our documents are important.  So are our photos and music files.  We save all of these files into folders, and then locate them afterwards and double-click on them to open them.  But there are many files that are important to us that can’t be saved into folders, and then searched for and double-clicked later on.  These files certainly contain important information that we need, but are often created internally by an application, and saved wherever that application feels is appropriate. A good example of this is the “PST” file that Outlook creates for us and uses to store all our emails, contacts, appointments and so forth.  Another example would be the collection of Bookmarks that Firefox stores on your behalf. And yet another example would be the customized settings and configuration files of our all our software.  Granted, most Windows programs store their configuration in the Registry, but there are still many programs that use configuration files to store their settings. Imagine if you lost all of the above files!  And yet, when people are backing up their computers, they typically only back up the files they know about – those that are stored in the “My Documents” folder, etc.  If they had a hard disk failure or their computer was lost or stolen, their backup files would not include some of the most vital files they owned.  Also, when migrating to a new computer, it’s vital to ensure that these files make the journey. It can be a very useful idea to create yourself a folder to store all your “settings” – files that are important to you but which you never actually search for by name and double-click on to open them.  Otherwise, next time you go to set up a new computer just the way you want it, you’ll need to spend hours recreating the configuration of your previous computer! So how to we get our important files into this folder?  Well, we have a few options: Some programs (such as Outlook and its PST files) allow you to place these files wherever you want.  If you delve into the program’s options, you will find a setting somewhere that controls the location of the important settings files (or “personal storage” – PST – when it comes to Outlook) Some programs do not allow you to change such locations in any easy way, but if you get into the Registry, you can sometimes find a registry key that refers to the location of the file(s).  Simply move the file into your Settings folder and adjust the registry key to refer to the new location. Some programs stubbornly refuse to allow their settings files to be placed anywhere other then where they stipulate.  When faced with programs like these, you have three choices:  (1) You can ignore those files, (2) You can copy the files into your Settings folder (let’s face it – settings don’t change very often), or (3) you can use synchronization software, such as the Windows Briefcase, to make synchronized copies of all your files in your Settings folder.  All you then have to do is to remember to run your sync software periodically (perhaps just before you run your backup software!). There are some other things you may decide to locate inside this new “Settings” folder: Exports of registry keys (from the many applications that store their configurations in the Registry).  This is useful for backup purposes or for migrating to a new computer Notes you’ve made about all the specific customizations you have made to a particular piece of software (so that you’ll know how to do it all again on your next computer) Shortcuts to webpages that detail how to tweak certain aspects of your operating system or applications so they are just the way you like them (such as how to remove the words “Shortcut to” from the beginning of newly created shortcuts).  In other words, you’d want to create shortcuts to half the pages on the How-To Geek website! Here’s an example of a “Settings” folder: Windows Features that Help with Organization This section details some of the features of Microsoft Windows that are a boon to anyone hoping to stay optimally organized. Tip #35.  Use the “Favorite Links” Area to Access Oft-Used Folders Once you’ve created your great new filing system, work out which folders you access most regularly, or which serve as great starting points for locating the rest of the files in your folder structure, and then put links to those folders in your “Favorite Links” area of the left-hand side of the Windows Explorer window (simply called “Favorites” in Windows 7):   Some ideas for folders you might want to add there include: Your “Inbox” folder (or whatever you’ve called it) – most important! The base of your filing structure (e.g. C:\Files) A folder containing shortcuts to often-accessed folders on other computers around the network (shown above as Network Folders) A folder containing shortcuts to your current projects (unless that folder is in your “Inbox” folder) Getting folders into this area is very simple – just locate the folder you’re interested in and drag it there! Tip #36.  Customize the Places Bar in the File/Open and File/Save Boxes Consider the screenshot below: The highlighted icons (collectively known as the “Places Bar”) can be customized to refer to any folder location you want, allowing instant access to any part of your organizational structure. Note:  These File/Open and File/Save boxes have been superseded by new versions that use the Windows Vista/Windows 7 “Favorite Links”, but the older versions (shown above) are still used by a surprisingly large number of applications. The easiest way to customize these icons is to use the Group Policy Editor, but not everyone has access to this program.  If you do, open it up and navigate to: User Configuration > Administrative Templates > Windows Components > Windows Explorer > Common Open File Dialog If you don’t have access to the Group Policy Editor, then you’ll need to get into the Registry.  Navigate to: HKEY_CURRENT_USER \ Software \ Microsoft  \ Windows \ CurrentVersion \ Policies \ comdlg32 \ Placesbar It should then be easy to make the desired changes.  Log off and log on again to allow the changes to take effect. Tip #37.  Use the Quick Launch Bar as a Application and File Launcher That Quick Launch bar (to the right of the Start button) is a lot more useful than people give it credit for.  Most people simply have half a dozen icons in it, and use it to start just those programs.  But it can actually be used to instantly access just about anything in your filing system: For complete instructions on how to set this up, visit our dedicated article on this topic. Tip #38.  Put a Shortcut to Windows Explorer into Your Quick Launch Bar This is only necessary in Windows Vista and Windows XP.  The Microsoft boffins finally got wise and added it to the Windows 7 Superbar by default. Windows Explorer – the program used for managing your files and folders – is one of the most useful programs in Windows.  Anyone who considers themselves serious about being organized needs instant access to this program at any time.  A great place to create a shortcut to this program is in the Windows XP and Windows Vista “Quick Launch” bar: To get it there, locate it in your Start Menu (usually under “Accessories”) and then right-drag it down into your Quick Launch bar (and create a copy). Tip #39.  Customize the Starting Folder for Your Windows 7 Explorer Superbar Icon If you’re on Windows 7, your Superbar will include a Windows Explorer icon.  Clicking on the icon will launch Windows Explorer (of course), and will start you off in your “Libraries” folder.  Libraries may be fine as a starting point, but if you have created yourself an “Inbox” folder, then it would probably make more sense to start off in this folder every time you launch Windows Explorer. To change this default/starting folder location, then first right-click the Explorer icon in the Superbar, and then right-click Properties:Then, in Target field of the Windows Explorer Properties box that appears, type %windir%\explorer.exe followed by the path of the folder you wish to start in.  For example: %windir%\explorer.exe C:\Files If that folder happened to be on the Desktop (and called, say, “Inbox”), then you would use the following cleverness: %windir%\explorer.exe shell:desktop\Inbox Then click OK and test it out. Tip #40.  Ummmmm…. No, that’s it.  I can’t think of another one.  That’s all of the tips I can come up with.  I only created this one because 40 is such a nice round number… Case Study – An Organized PC To finish off the article, I have included a few screenshots of my (main) computer (running Vista).  The aim here is twofold: To give you a sense of what it looks like when the above, sometimes abstract, tips are applied to a real-life computer, and To offer some ideas about folders and structure that you may want to steal to use on your own PC. Let’s start with the C: drive itself.  Very minimal.  All my files are contained within C:\Files.  I’ll confine the rest of the case study to this folder: That folder contains the following: Mark: My personal files VC: My business (Virtual Creations, Australia) Others contains files created by friends and family Data contains files from the rest of the world (can be thought of as “public” files, usually downloaded from the Net) Settings is described above in tip #34 The Data folder contains the following sub-folders: Audio:  Radio plays, audio books, podcasts, etc Development:  Programmer and developer resources, sample source code, etc (see below) Humour:  Jokes, funnies (those emails that we all receive) Movies:  Downloaded and ripped movies (all legal, of course!), their scripts, DVD covers, etc. Music:  (see below) Setups:  Installation files for software (explained in full in tip #33) System:  (see below) TV:  Downloaded TV shows Writings:  Books, instruction manuals, etc (see below) The Music folder contains the following sub-folders: Album covers:  JPEG scans Guitar tabs:  Text files of guitar sheet music Lists:  e.g. “Top 1000 songs of all time” Lyrics:  Text files MIDI:  Electronic music files MP3 (representing 99% of the Music folder):  MP3s, either ripped from CDs or downloaded, sorted by artist/album name Music Video:  Video clips Sheet Music:  usually PDFs The Data\Writings folder contains the following sub-folders: (all pretty self-explanatory) The Data\Development folder contains the following sub-folders: Again, all pretty self-explanatory (if you’re a geek) The Data\System folder contains the following sub-folders: These are usually themes, plug-ins and other downloadable program-specific resources. The Mark folder contains the following sub-folders: From Others:  Usually letters that other people (friends, family, etc) have written to me For Others:  Letters and other things I have created for other people Green Book:  None of your business Playlists:  M3U files that I have compiled of my favorite songs (plus one M3U playlist file for every album I own) Writing:  Fiction, philosophy and other musings of mine Mark Docs:  Shortcut to C:\Users\Mark Settings:  Shortcut to C:\Files\Settings\Mark The Others folder contains the following sub-folders: The VC (Virtual Creations, my business – I develop websites) folder contains the following sub-folders: And again, all of those are pretty self-explanatory.   • Jolicloud is a Nifty New OS for Your Netbook

    Want to breathe new life into your netbook?  Here’s a quick look at Jolicloud, a unique new Linux based OS that lets you use your netbook in a whole new way. Netbooks have been an interesting category of computers.  When they were first released, most netbooks came with a stripped down Linux based operating system designed to let you easily access the internet first and foremost.  Consumers wanted more from their netbooks, so full OSes such as Windows XP and Ubuntu became the standard on netbooks.  Microsoft worked hard to get Windows 7 working great on netbooks, and today most netbooks run Windows 7 great.  But the Linux community hasn’t stood still either, and Jolicloud is proof of that.  Jolicloud is a unique OS designed to bring the best of both webapps and standard programs to your netbook.   Keep reading to see if this is the perfect netbook OS for you. Getting Started Installing Jolicloud on your netbook is easy thanks to a the Jolicloud Express installer for Windows.  Since many netbooks run Windows by default, this makes it easy to install Jolicloud.  Plus, your Windows install is left untouched, so you can still easily access all your Windows files and programs. Download and run the roughly 700Mb installer (link below) just as a normal installer in Windows. This will first extract the needed files. Click Get started to install Jolicloud on your netbook. Enter a username, password, and nickname for your computer.  Please note that the username must be all lowercase, and the nickname should not contain spaces or special characters.   Now you can review the default installation settings.  By default it will take up 39Gb and install on your C:\ drive in English.  If you wish to change this, click Change. We chose to install it on the D: drive on this netbook, as its harddrive was already partitioned into two parts.  Click Save when your settings are all correct, and then click Next in the previous window. Jolicloud will prepare for the installation.  This took about 5 minutes in our test.  Click Next when this is finished. Click Restart now to install and run Jolicloud. When your netbook reboots, it will initialize the Jolicloud setup. It will then automatically finish the installation.  Just sit back and wait; there’s nothing for you to do right now.  The installation took about 20 minutes in our test. Jolicloud will automatically reboot when the setup is finished. Once it’s rebooted, you’re ready to go!  Enter the username, then the password, that you chose earlier when you were installing Jolicloud from Windows. Welcome to your Jolicloud desktop! Hardware Support We installed Jolicloud on a Samsung N150 netbook with an Atom N450 processor, 1Gb Ram, 250Gb harddrive, and WiFi b/g/n with Bluetooth.  Amazingly, once Jolicloud was installed, everything was ready to use.  No drivers to install, no settings to hassle with, it was all installed and set up perfectly.  Power settings worked great, and closing the netbook put it to sleep just like in Windows. WiFi drivers have typically been difficult to find and install on Linux, but Jolicloud had our netbook’s wifi working immediately.  To get online, simply click the Wireless icon on the top right, and select the wireless network you want to connect to. Jolicloud will let you know when it is signed on. Wired Lan networking was also seamless; simply connect your cable and you’re ready to go.  The webcam and touchpad also worked perfectly directly.  The only thing missing was multitouch; this touchpad has two finger scroll, pinch zoom, and other nice multitouch features in Windows, but in Julicloud it only functioned as a standard touchpad.  It did have tap to click activated by default, as well as right-side scrolling, which is nice. Jolicloud also supported our video card without any extra work.  The native resolution was already selected, and the only problem we had with the screen was that there was no apparent way to change the brightness.  This is not a major problem, but would be nice to have.  The Samsung N150 has Intel GMA3150 integrated graphics, and Jolicloud promises 1080p HD video on it.  It did playback 720p H.264 video flawlessly without installing anything extra, but it stuttered on full 1080p HD (which is the exact same as this netbook’s video playback in Windows 7 – 720p works great, but it stutters on 1080p).  We would be excited to see full HD on this netbook, but 720p is definitely fine for most stuff.   Jolicloud supports a wide range of netbooks, and based on our experience we would expect it to work as good on any supported hardware.  Check out the list of supported netbooks to see if your netbook is supported; if not, it still may work but you may have to install special drivers. Jolicloud’s performance was very similar to Windows 7 on our netbook.  It boots in about 30 seconds, and apps load fairly quickly.  In general, we couldn’t tell much difference in performance between Jolicloud and Windows 7, though this isn’t a problem since Windows 7 runs great on the current generation of netbooks. Using Jolicloud Ready to start putting Jolicloud to use?  Your fresh Jolicloud install you can run several built-in apps, such as Firefox, a calculator, and the chat client Pidgin.  It also has a media player and file viewer installed, so you can play MP3s or MPG videos, or read PDF ebooks without installing anything extra.  It also has Flash player installed so you can watch videos online easily. You can also directly access all of your files from the right side of your home screen.  You can even access your Windows files; in our test, the 116.9 GB Media was C: from Windows.  Select it to browse and open any file you had saved in Windows. You may need to enter your password to access it. Once you’re authenticated it, you’ll see all of your Windows files and folders.  Your User files (Documents, Music, Videos, etc.) will be in the Users folder. And, you can easily add files from removable media such as USB flash drives and memory cards.  Jolicloud recognized a flash drive we tested with no trouble at all. Add new apps But, the best part about Jolicloud is that it makes it very easy to install new apps.  Click the Get Started button on your homescreen. You’ll first need to create an account.  You can then use this same account on another netbook if you wish, and your settings will automatically be synced between the two. You can either signup using your Facebook account, …or you can sign up the traditional way with your email address, name, and password.  If you sign up this way, you will need to confirm your email address before your account will be finished. Now, choose your netbook model from the list, and enter a name for your computer. And that’s it!  You’ll now see the Jolicloud dashboard, which will show you updates and notifications from friends who also use Jolicloud. Click the App directory to find new apps for your netbook.  Here you will find a variety of webapps, such as Gmail, along with native applications, such as Skype, that you can install on your netbook.  Simply click the Install button on the right to add the app to your netbook. You will be prompted to enter your system password, and then the app will install without any further input.   Once an app is installed, a check mark will appear beside its name.  You can remove it by clicking the Remove button, and it will uninstall seamlessly. Webapps, such as Gmail, actually run in in a Chrome-powered window that lets the webapp run full screen.  This gives the webapps a native feel, but actually they’re just running the same as they would in a standard web browser.   The Jolicloud Interface Most apps run maximized, and there is no way to run them smaller.  This in general works good, since with small screens most apps need to run full-screen anyhow. Smaller apps, such as a calculator or the Pidgin chat client, run in a window just like they do on other operating systems. You can switch to another app that’s running by selecting it’s icon on the top left, or you can go back to the home screen by clicking the home screen.  If you’re finished with an program, simply click the red X button on the top right of the window when you’re running it. Or, you can switch between programs using standard keyboard shortcuts such as Alt-tab. The default page on the home screen is the favorites page, and all of your other programs are orginized in their own sections on the left hand side.  But, if you want to add one of these to your favorites page, simply right-click on it and select Add to Favorites. When you’re done for the day, you can simply close your netbook to put it to sleep.  Or, if you want to shut down, just press the Quit button on the bottom right of the home screen and then select Shut Down. Booting Jolicloud When you install Jolicloud, it will set itself as the default operating system.  Now, when you boot your netbook, it will show you a list of installed operating systems.  You can select either Windows or Jolicloud, but if you don’t make a selection it will boot into Jolicloud after waiting 10 seconds. If you’d perfer to boot into Windows by default, you can easily change this.  First, boot your netbook in to Windows.  Open the start menu, right-click on the Computer button, and select Properties.   Click the “Advanced system settings” link on the left side. Click the Settings button in the Startup and Recovery section. Now, select Windows as the default operating system, and click Ok.  Your netbook will now boot into Windows by default, but will give you 10 seconds to choose to boot into Jolicloud when you start your computer. Or, if you decided you don’t want Jolicloud, you can easily uninstall it from within Windows. Please note that this will also remove any files you may have saved in Jolicloud, so be sure to copy them to your Windows drive before uninstalling. To uninstall Jolicloud from within Windows, open Control Panel, and select Uninstall a Program. Scroll down to select Jolicloud, and click Uninstall/Change. Click Yes to confirm that you want to uninstall Jolicloud. After a few moments, it will let you know that Jolicloud has been uninstalled.  You’re netbook is now back the same as it was before you installed Jolicloud, with only Windows installed. Closing Whether you’re wanting to replace your current OS on your netbook or would simply like to try out a fresh new Linux version on your netbook, Jolicloud is a great option for you.  We were very impressed by it’s solid hardware support and the ease of installing new apps in Jolicloud.  Rather than simply giving us a standard OS, Jolicloud offers a unique way to use your netbook with native programs and webapps.  And whether you’re an IT pro or are a new computer user, Jolicloud was easy enough to use that anyone can do it.  Give it a try, and let us know what your favorite netbook OS is!   • SOA Suite Integration: Part 1: Building a Web Service

    Over the next few weeks I will be posting blog entries outlying the SOA Suite integration of the Oracle Utilities Application Framework. This will illustrate how easy it is to integrate by providing some samples. I will use a consistent set of features as examples. The examples will be simple and while will not illustrate ALL the possibilities it will illustrate the relative ease of integration. Think of them as a foundation. You can obviously build upon them. Now, to ease a few customers minds, this series will certainly feature the latest version of SOA Suite and the latest version of Oracle Utilities Application Framework but the principles will apply to past versions of both those products. So if you have Oracle SOA Suite 10g or are a customer of Oracle Utilities Application Framework V2.1 or above most of what I will show you will work with those versions. It is just easier in Oracle SOA Suite 11g and Oracle Utilities Application Framework V4.x. This first posting will not feature SOA Suite at all but concentrate on the capability for the Oracle Utilities Application Framework to create Web Services you can use for integration. The XML Application Integration (XAI) component of the Oracle Utilities Application Framework allows product objects to be exposed as XML based transactions or as Web Services (or both). XAI was written before Web Services became fashionable and has allowed customers of our products to provide a consistent interface into and out of our product line. XAI has been enhanced over the last few years to take advantages of the maturing landscape of Web Services in the market place to a point where it now easier to integrate to SOA infrastructure. There are a number of object types that can be exposed as Web Services: Maintenance Objects – These are the lowest level objects that can be exposed as Web Services. Customers of past versions of the product will be familiar with XAI services based upon Maintenance Objects as they used to be the only method of generating Web Services. These are still supported for background compatibility but are starting to become less popular as they were strict in their structure and were solely attribute based. To generate Maintenance Object based Web Services definition you need to use the XAI Schema Editor component. Business Objects – In Oracle Utilities Application Framework V2.1 we introduced the concept of Business Objects. These are site or industry specific objects that are based upon Maintenance Objects. These allow sites to respecify, in configuration, the structure and elements of a Maintenance Object and other Business Objects (they are true objects with support for inheritance, polymorphism, encapsulation etc.). These can be exposed as Web Services. Business Services – As with Business Objects, we introduced Business Services in Oracle Utilities Application Framework V2.1 which allowed applications services and query zones to be expressed as custom services. These can then be exposed as Web Services via the Business Service definition. Service Scripts - As with Business Objects and Business Services, we introduced Service Scripts in Oracle Utilities Application Framework V2.1. These allow services and/objects to be combined into complex objects or simply expose common routines as callable scripts. These can also be defined as Web Services. For the purpose of this series we will restrict ourselves to Business Objects. The techniques can apply to any of the objects discussed above. Now, lets get to the important bit of this blog post, the creation of a Web Service. To build a Business Object, you first logon to the product and navigate to the Administration Menu by selecting the Admin Menu from the Menu action on left top of the screen (next to Home). A popup menu will appear with the menu’s available. If you do not see the Admin menu then you do not have authority to use it. Here is an example: Navigate to the B menu and select the + symbol next to the Business Object menu item. This indicates that you want to ADD a new Business Object. This menu will appear if you are running Alphabetic mode in your installation (I almost forgot that point). You will be presented with the Business Object maintenance screen. You will fill out the following on the first tab (at a minimum): Business Object – The name of the Business Object. Typically you will make it descriptive and also prefix with CM to denote it as a customization (you can easily find it if you prefix it). As I running this on my personal copy of the product I will use my initials as the prefix and call the sample Web Service “AS-User”. Description – A short description of the object to tell others what it is used for. For my example, I will use “Anthony Shorten’s User Object”. Detailed Description – You can add a long description to help other developers understand your object. I am just going to specify “Anthony Shorten’s Test Object for SOA Suite Integration”. Maintenance Object – As this Business Service is going to be based upon a Maintenance Object I will specify the desired Maintenance Object. In this example, I have decided to use the Framework object USER. Now, I chose this for a number of reasons. It is meaningful, simple and is across all our product lines. I could choose ANY maintenance object I wished to expose (including any custom ones, if I had them). Parent Business Object – If I was not using a Maintenance Object but building a child Business Object against another Business Object, then I would specify the Parent Business Object here. I am not using Parent’s so I will leave this blank. You either use Parent Business Object or Maintenance Object not both. Application Service – Business Objects like other objects are subject to security. You can attach an Application Service to an object to specify which groups of users (remember services are attached to user groups not users) have appropriate access to the object. I will use a default service provided with the product, F1-DFLTS ,as this is just a demonstration so I do not have to be too sophisticated about security. Instance Control – This allows the object to create instances in its objects. You can specify a Business Object purely to hold rules. I am being simple here so I will set it to Allow New Instances to allow the Business Object to be used to create, read, update and delete user records. The rest of the tab I will leave empty as I want this to be a very simple object. Other options allow lots of flexibility. The contents should look like this: Before saving your work, you need to navigate to the Schema tab and specify the contents of your object. I will save some time. When you create an object the schema will only contain the basic root elements of the object (in fact only the schema tag is visible). When you go to the Schema Tab, on the dashboard you will see a BO Schema zone with a solitary button. This will allow you to Generate the Schema for you from our metadata. Click on the Generate button to generate a basic schema from the metadata. You will now see a Schema with the element tags and references to the metadata of the Maintenance object (in the mapField attribute). I could spend a while outlining all the ways you can change the schema with defaults, formatting, tagging etc but the online help has plenty of great examples to illustrate this. You can use the Schema Tips zone in the for more details of the available customizations. Note: The tags are generated from the language pack you have installed. The sample is English so the tags are in English (which is the base language of all installations). If you are using a language pack then the tags will be generated in the language of the user that generated the object. At this point you can save your Business Object by pressing the Save action. At this point you have a basic Business Object based on the USER maintenance object ready for use but it is not defined as a Web Service yet. To do this you need to define the newly created Business Object as an XAI Inbound Service. The easiest and quickest way is to select + off the XAI Inbound Service off the context menu on the Business Object maintenance screen. This will prepopulate the service definition with the following: Adapter – This will be set to Business Adaptor. This indicates that the service is either Business Object, Business Service or Service Script based. Schema Type – Whether the object is a Business Object, Business Service or Service Script. In this case it is a Business Object. Schema Name – The name of the object. In this case it is the Business Object AS-User. Active – Set to Yes. This means the service is available upon startup automatically. You can enable and disable services as needed. Transaction Type – A default transaction type as this is Business Object Service. More about this in later postings. In our case we use the default Read. This means that if we only specify data and not a transaction type then the product will assume you want to issue a read against the object. You need to fill in the following: XAI Inbound Service – The name of the Web Service. Usually people use the same name as the underlying object , in the case of this example, but this can match your sites interfacing standards. By the way you can define multiple XAI Inbound Services/Web Services against the same object if you want. Description and Detail Description – Documentation for your Web Service. I just supplied some basic documentation for this demonstration. You can now save the service definition. Note: There are lots of other options on this screen that allow for behavior of your service to be specified. I will leave them blank for now. When you save the service you are issued with two new pieces of information. XAI Inbound Service Id is a randomly generated identifier used internally by the XAI Servlet. WSDL URL is the WSDL standard URL used for integration. We will take advantage of that in later posts. An example of the definition is shown below: Now you have defined the service but it will only be available when the next server restart or when you flush the data cache. XAI Inbound Services are cached for performance so the cache needs to be told of this new service. To refresh the cache you can use the Admin –> X –> XAI Command menu item. From the command dropdown select Refresh Registry and press Send Command. You will see an XML of the command sent to the server (the presence of the XML means it is finished). If you have an error around the authorization, then check your default user and password settings on the XAI Options menu item. Be careful with flushing the cache as the cache is shared (unless of course you are the only Web Service user on the system – In that case it only affects you). The Web Service is NOW available to be used. To perform a simple test of your new Web Service, navigate to the Admin –> X –> XAI Submission menu item. You will see an open XML request tab. You need to type in the request XML you want to test in the Main tab. The first tag is the XAI Inbound Service Name and the elements are as per your schema (minus the schema tag itself as that is only used internally). My example is as follows (I want to return the details of user SYSUSER) – Remember to close tags. Hitting the Save button will issue the XML and return the response according to the Business Object schema. Now before you panic, you noticed that it did not ask for credentials. It propagates the online credentials to the service call on this function. You now have a Web Service you can use for integration. We will reuse this information in subsequent posts. The process I just described can be used for ANY object in the system you want to expose. This whole process at a minimum can take under a minute. Obviously I only showed the basics but you can at least get an appreciation of the ease of defining a Web Service (just by using a browser). The next posts now build upon this.   • SharePoint – The Most Important Feature

    Watching twitter and doing a search for SharePoint and you see a lot (almost one every few minutes) of tweets about the top 10 new features in SharePoint. What answer do you get when you ask the question, “What’s the most important feature in SharePoint?”. Chances are the answer will vary. Some will say it’s the collaboration aspect, others might say it’s the new ribbon interface, multi-item editing, external content types, faceted search, large list support, document versioning, Silverlight, etc. The list goes on. However I think most people might be missing the most important feature that’s sitting right under their noses all this time. The most important feature of SharePoint? It’s called User Empowerment. Huh? What? Is that something I find in the Site Actions menu? Nope. It’s something that’s always been there in SharePoint, you just need to get the word out and support it. How many times have you had a team ask you for a team site (assuming you had SharePoint up and running). Or to create them a contact list. Or how long have you employed that guy in the corner who’s been copying and pasting content from Corporate Communications into the web from a Word document. Let’s stop the insanity. It doesn’t have to be this way. SharePoint’s strongest feature isn’t anything you can find in the Site Settings screen or Central Admin. It’s all about empowering your users and letting them take control of their content. After all, SharePoint really is a bunch of tools to allow users to collaborate on content isn’t it? So why are you stepping in as IT and helping the user every moment along the way. It’s like having to ask users to fill out a help desk ticket or call up the Windows team to create a folder on their desktop or rearrange their Start menu. This isn’t something IT should be spending their time doing nor is it something the users should be burdened with having to wait until their friendly neighborhood tech-guy (or gal) shows up to help them sort the icons on their desktop. SharePoint IS all about empowerment. Site owners can create whatever lists and libraries they need for their team, and if the template isn’t there they can always turn to my friend and yours, the Custom List. From that can spew forth approval tracking systems, new hire checklists, and server inventory. You’re only limited by your imagination and needs. Users should be able to create new sites as they need. Want a blog to let everyone know what your team is up to? Go create one, here’s how. What’s a blog you ask? Here’s what it is and why you would use one. SharePoint is the shift in the balance of power and you need, and an IT group, let go of certain responsibilities and let your users run with the tools. A power user who knows how to create sites and what features are available to them can help a team go from the forming stage to the storming stage overnight. Again, this all hinges on you as an IT organization and what you can and empower your users with as far as features go. Running with tools is great if you know how to use them, running with scissors not recommended unless you enjoy trips to the hospital. With Great Power comes Great Responsibility so don’t go out on Monday and send out a memo to the organization saying “This Bil guy says you peeps can do anything so here it is, knock yourself out” (for one, they’ll have *no* idea who this Bil guy is). This advice comes with the task of getting your users ready for empowerment. Whether it’s through some kind of internal training sessions, in-house documentation; videos; blog posts; on how to accomplish things in SharePoint, or full blown one-on-one sit downs with teams or individuals to help them through their problems. The work is up to you. Helping them along also should be part of your governance (you do have one don’t you?). Just because you have InfoPath client deployed with your Office suite, doesn’t mean users should just start publishing forms all over your SharePoint farm. There should be some governance behind that in what you’ll support and what is possible. The other caveat to all this is that SharePoint is not everything for everyone. It can’t cook you breakfast and impregnate your cat or solve world hunger. It also isn’t suited for every IT solution out there. It’s a horrible source control system (even though some people try to use it as such) and really can’t do financials worth a darn. Again, governance is key here and part of that governance and your responsibility in setting up and unleashing SharePoint into your organization is to provide users guidance on what should be in SharePoint and (more importantly) what should not be in SharePoint. There are boundaries you have to set where you don’t want your end users going as they might be treading into trouble. Again, this is up to you to set these constraints and help users understand why these pylons are there. If someone understands why they can’t do something they might have a better understanding and respect for those that put them there in the first place. Of course you’ll always have the power-users who want to go skiing down dead mans curve so this doesn’t work for everyone, but you can catch the majority of the newbs who don’t wander aimlessly off the beaten path. At the end of the day when all things are going swimmingly your end users should be empowered to solve the needs they have on a day to day basis and not having to keep bugging the IT department to help them create a view to show only approved documents. I wouldn’t go as far as business users building out full blown solutions and handing the keys to SharePoint Designer or (worse) Visual Studio to power-users might not be a path you want to go down but you also don’t have to lock up the SharePoint system in a tight box where users can’t use what’s there. So stop focusing on the shiny things in SharePoint and maybe consider making a shift to what’s really important. Making your day job easier and letting users get the most our of your technology investment.

  • eBooks on iPad vs. Kindle: More Debate than Smackdown

    When the iPad was presented at its San Francisco launch event on January 28th, Steve Jobs spent a significant amount of time explaining how well the device would serve as an eBook reader. He showed the iBooks reader application and iBookstore and laid down the gauntlet before Amazon and its beloved Kindle device. Almost immediately afterwards, criticism came rushing forth that the iPad could never beat the Kindle for book reading. The curious part of that criticism is that virtually no one offering it had actually used the iPad yet. A few weeks later, on April 3rd, the iPad was released for sale in the United States. I bought one on that day and in the few additional weeks that have elapsed, I’ve given quite a workout to most of its capabilities, including its eBook features. I’ve also spent some time with the Kindle, albeit a first-generation model, to see how it actually compares to the iPad. I had some expectations going in, but I came away with conclusions about each device that were more scenario-based than absolute. I present my findings to you here.   Vital Statistics Let’s start with an inventory of each device’s underlying technology. The iPad has a color, backlit LCD screen and an on-screen keyboard. It has a battery which, on a full charge, lasts anywhere from 6-10 hours. The Kindle offers a monochrome, reflective E Ink display, a physical keyboard and a battery that on my first gen loaner unit can go up to a week between charges (Amazon claims the battery on the Kindle 2 can last up to 2 weeks on a single charge). The Kindle connects to Amazon’s Kindle Store using a 3G modem (the technology and network vary depending on the model) that incurs no airtime service charges whatsoever. The iPad units that are on-sale today work over WiFi only. 3G-equipped models will be on sale shortly and will command a $130 premium over their WiFi-only counterparts. 3G service on the iPad, in the U.S. from AT&T, will be fee-based, with a 250MB plan at $14.99 per month and an unlimited plan at $29.99. No contract is required for 3G service. All these tech specs aside, I think a more useful observation is that the iPad is a multi-purpose Internet-connected entertainment device, while the Kindle is a dedicated reading device. The question is whether those differences in design and intended use create a clear-cut winner for reading electronic publications. Let’s take a look at each device, in isolation, now.   Kindle To me, what’s most innovative about the Kindle is its E Ink display. E Ink really looks like ink on a sheet of paper. It requires no backlight, it’s fully visible in direct sunlight and it causes almost none of the eyestrain that LCD-based computer display technology (like that used on the iPad) does. It’s really versatile in an all-around way. Forgive me if this sounds precious, but reading on it is really a joy. In fact, it’s a genuinely relaxing experience. Through the Kindle Store, Amazon allows users to download books (including audio books), magazines, newspapers and blog feeds. Books and magazines can be purchased either on a single-issue basis or as an annual subscription. Books, of course, are purchased singly. Oddly, blogs are not free, but instead carry a monthly subscription fee, typically $1.99. To me this is ludicrous, but I suppose the free 3G service is partially to blame. Books and magazine issues download quickly. Magazine and blog subscriptions cause new issues or posts to be pushed to your device on an automated basis. Available blogs include 9000-odd feeds that Amazon offers on the Kindle Store; unless I missed something, arbitrary RSS feeds are not supported (though there are third party workarounds to this limitation). The shopping experience is integrated well, has an huge selection, and offers certain graphical perks. For example, magazine and newspaper logos are displayed in menus, and book cover thumbnails appear as well. A simple search mechanism is provided and text entry through the physical keyboard is relatively painless. It’s very easy and straightforward to enter the store, find something you like and start reading it quickly. If you know what you’re looking for, it’s even faster. Given Kindle’s high portability, very reliable battery, instant-on capability and highly integrated content acquisition, it makes reading on whim, and in random spurts of downtime, very attractive. The Kindle’s home screen lists all of your publications, and easily lets you select one, then start reading it. Once opened, publications display in crisp, attractive text that is adjustable in size. “Turning” pages is achieved through buttons dedicated to the task. Notes can be recorded, bookmarks can be saved and pages can be saved as clippings. I am not an avid book reader, and yet I found the Kindle made it really fun, convenient and soothing to read. There’s something about the easy access to the material and the simplicity of the display that makes the Kindle seduce you into chilling out and reading page after page. On the other hand, the Kindle has an awkward navigation interface. While menus are displayed clearly on the screen, the method of selecting menu items is tricky: alongside the right-hand edge of the main display is a thin column that acts as a second display. It has a white background, and a scrollable silver cursor that is moved up or down through the use of the device’s scrollwheel. Picking a menu item on the main display involves scrolling the silver cursor to a position parallel to that menu item and pushing the scrollwheel in. This navigation technique creates a disconnect, literally. You don’t really click on a selection so much as you gesture toward it. I got used to this technique quickly, but I didn’t love it. It definitely created a kind of anxiety in me, making me feel the need to speed through menus and get to my destination document quickly. Once there, I could calm down and relax. Books are great on the Kindle. Magazines and newspapers much less so. I found the rendering of photographs, and even illustrations, to be unacceptably crude. For this reason, I expect that reading textbooks on the Kindle may leave students wanting. I found that the original flow and layout of any publication was sacrificed on the Kindle. In effect, browsing a magazine or newspaper was almost impossible. Reading the text of individual articles was enjoyable, but having to read this way made the whole experience much more “a la carte” than cohesive and thematic between articles. I imagine that for academic journals this is ideal, but for consumer publications it imposes a stripped-down, low-fidelity experience that evokes a sense of deprivation. In general, the Kindle is great for reading text. For just about anything else, especially activity that involves exploratory browsing, meandering and short-attention-span reading, it presents a real barrier to entry and adoption. Avid book readers will enjoy the Kindle (if they’re not already). It’s a great device for losing oneself in a book over long sittings. Multitaskers who are more interested in periodicals, be they online or off, will like it much less, as they will find compromise, and even sacrifice, to be palpable.   iPad The iPad is a very different device from the Kindle. While the Kindle is oriented to pages of text, the iPad orbits around applications and their interfaces. Be it the pinch and zoom experience in the browser, the rich media features that augment content on news and weather sites, or the ability to interact with social networking services like Twitter, the iPad is versatile. While it shares a slate-like form factor with the Kindle, it’s effectively an elegant personal computer. One of its many features is the iBook application and integration of the iBookstore. But it’s a multi-purpose device. That turns out to be good and bad, depending on what you’re reading. The iBookstore is great for browsing. It’s color, rich animation-laden user interface make it possible to shop for books, rather than merely search and acquire them. Unfortunately, its selection is rather sparse at the moment. If you’re looking for a New York Times bestseller, or other popular titles, you should be OK. If you want to read something more specialized, it’s much harder. Unlike the awkward navigation interface of the Kindle, the iPad offers a nearly flawless touch-screen interface that seduces the user into tinkering and kibitzing every bit as much as the Kindle lulls you into a deep, concentrated read. It’s a dynamic and interactive device, whereas the Kindle is static and passive. The iBook reader is slick and fun. Use the iPad in landscape mode and you can read the book in 2-up (left/right 2-page) display; use it in portrait mode and you can read one page at a time. Rather than clicking a hardware button to turn pages, you simply drag and wipe from right-to-left to flip the single or right-hand page. The page actually travels through an animated path as it would in a physical book. The intuitiveness of the interface is uncanny. The reader also accommodates saving of bookmarks, searching of the text, and the ability to highlight a word and look it up in a dictionary. Pages display brightly and clearly. They’re easy to read. But the backlight and the glare made me less comfortable than I was with the Kindle. The knowledge that completely different applications (including the Web and email and Twitter) were just a few taps away made me antsy and very tempted to task-switch. The knowledge that battery life is an issue created subtle discomfort. If the Kindle makes you feel like you’re in a library reading room, then the iPad makes you feel, at best, like you’re under fluorescent lights at a Barnes and Noble or Borders store. If you’re lucky, you’d be on a couch or at a reading table in the store, but you might also be standing up, in the aisles. Clearly, I didn’t find this conducive to focused and sustained reading. But that may have more to do with my own tendency to read periodicals far more than books, and my neurotic . And, truth be known, the book reading experience, when not explicitly compared to Kindle’s, was still pleasant. It is also important to point out that Kindle Store-sourced books can be read on the iPad through a Kindle reader application, from Amazon, specific to the device. This offered a less rich experience than the iBooks reader, but it was completely adequate. Despite the Kindle brand of the reader, however, it offered little in terms of simulating the reading experience on its namesake device. When it comes to periodicals, the iPad wins hands down. Magazines, even if merely scanned images of their print editions, read on the iPad in a way that felt similar to reading hard copy. The full color display, touch navigation and even the ability to render advertisements in their full glory makes the iPad a great way to read through any piece of work that is measured in pages, rather than chapters. There are many ways to get magazines and newspapers onto the iPad, including the Zinio reader, and publication-specific applications like the Wall Street Journal’s and Popular Science’s. The New York Times’ free Editors’ Choice application offers a Times Reader-like interface to a subset of the Gray Lady’s daily content. The completely Web-based but iPad-optimized Times Skimmer site (at www.nytimes.com/timesskimmer) works well too. Even conventional Web sites themselves can be read much like magazines, given the iPad’s ability to zoom in on the text and crop out advertisements on the margins. While the Kindle does have an experimental Web browser, it reminded me a lot of early mobile phone browsers, only in a larger size. For text-heavy sites with simple layout, it works fine. For just about anything else, it becomes more trouble than it’s worth. And given the way magazine articles make me think of things I want to look up online, I think that’s a real liability for the Kindle.   Summing Up What I came to realize is that the Kindle isn’t so much a computer or even an Internet device as it is a printer. While it doesn’t use physical paper, it still renders its content a page at a time, just like a laser printer does, and its output appears strikingly similar. You can read the rendered text, but you can’t interact with it in any way. That’s why the navigation requires a separate cursor display area. And because of the page-oriented rendering behavior, turning pages causes a flash on the display and requires a sometimes long pause before the next page is rendered. The good side of this is that once the page is generated, no battery power is required to display it. That makes for great battery life, optimal viewing under most lighting conditions (as long as there is some light) and low-eyestrain text-centric display of content. The Kindle is highly portable, has an excellent selection in its store and is refreshingly distraction-free. All of this is ideal for reading books. And iPad doesn’t offer any of it. What iPad does offer is versatility, variety, richness and luxury. It’s flush with accoutrements even if it’s low on focused, sustained text display. That makes it inferior to the Kindle for book reading. But that also makes it better than the Kindle for almost everything else. As such, and given that its book reading experience is still decent (even if not superior), I think the iPad will give Kindle a run for its money. True book lovers, and people on a budget, will want the Kindle. People with a robust amount of discretionary income may want both devices. Everyone else who is interested in a slate form factor e-reading device, especially if they also wish to have leisure-friendly Internet access, will likely choose the iPad exclusively. One thing is for sure: iPad has reduced Kindle’s market, and may have shifted its mass market potential to a mere niche play. If Amazon is smart, it will improve its iPad-based Kindle reader app significantly. It can then leverage the iPad channel as a significant market for the Kindle Store. After all, selling the eBooks themselves is what Amazon should care most about.

Currently, Google offers over twenty different search applications that allow users to search the internet for books, maps, videos, images, products and much more. Their product decisions have allowed users demands to be met while focusing on the free based model. This allows users to access Google data free of charge and indirectly gives Google a strong competitive advantage of other competitors along with the accuracy of the search results. There is also a strong focus on the accuracy of search results and the speed in which they are returned to the end-user. Quality function deployment (QFD) is a structured method used to help connect user needs to the design features of a project proposed to address those needs. This method is particularly useful in accounting for needs that are not easily articulated or precisely defined according to the U. S. Department of Transportation Federal Highway Administration. Due to the fact that QFD is so customer driven Google is always in a constant state of change in attempt to reengineer its search algorithms, and other dependant systems so that end-users requirements are constantly being met. Value engineering is a key example of this, Google is constantly trying to improve all aspects of its products, improve system maintainability, and system interoperability. Bridgefield Group defines value engineering as an organized methodology that identifies and selects the lowest lifecycle cost options in design, materials and processes that achieves the desired level of performance, reliability and customer satisfaction. In addition, it seeks to remove unnecessary costs in the above areas and is often a joint effort with cross-functional internal teams and relevant suppliers. Common issues that appear when developing large scale systems like Google’s search applications include modular design of a product and/or service and providing accurate value analysis. A design approach that adheres to four fundamental tenets of cohesiveness, encapsulation, self-containment, and high binding to design a system component as an independently operable unit subject to change is how the Open System Joint Task Force defines modular design. More specifically M. S. Schmaltz defines modular software design as having a large collection of statements strung together in one partition of in-line code; we segment or divide the statements into logical groups called modules. Each module performs one or two tasks, and then passes control to another module. By breaking up the code into "bite-sized chunks", so to speak, we are able to better control the flow of data and control. This is especially true in large software systems. Value analysis is a process to evaluate products and services based on effectiveness, safety, and cost. Value analysis involves assessing the quality as well as the cost of a product or service as defined by the Healthcare Financial Management Association.  “Operations Management deals with the design and management of products, processes, services and supply chains. It considers the acquisition, development, and utilization of resources that firms need to deliver the goods and services their clients want.” (MIT,2010) Google, Inc encourages an open environment between all employees, also known as Googlers.   • User Experience Highlights in PeopleSoft and PeopleTools: Direct from Jeff Robbins

The last posted interview was with Nadia Bendjedou, Senior Director, Product Strategy on upcoming Oracle E-Business Suite user experience highlights. You’ll see themes around productivity and efficiency, and get an early look at the latest mobile offerings coming through these product lines. Today’s post is on the user experience in PeopleSoft and PeopleTools. To learn more about what’s ahead, attend PeopleSoft or PeopleTools OpenWorld presentations.This interview is with Jeff Robbins, Senior Director, PeopleSoft Development. Jeff Robbins Q: How would you describe the vision you have for the user experience of PeopleSoft?A: Intuitive – Specifically, customers use PeopleSoft to help their employees do their day-to-day work, and the UI (user interface) has been helpful and assistive in that effort. If it’s not obvious what they need to do a task, then the UI isn’t working. So the application needs to make it simple for users to find information they need, complete a task, do all the things they are responsible for, and it really helps when the UI just makes sense. Productive – PeopleSoft is a tool used to support people to do their work, and a lot of users are measured by how much work they’re able to get done per hour, per day, etc. The UI needs to help them be as productive as possible, and can’t make them waste time or energy. The UI needs to reflect the type of work necessary for a task -- if it's data entry, the UI needs to assist the user to get information into the system. For analysts, the UI needs help users assess or analyze information in a particular way. Innovative – The concept of the UI being innovative is something we’ve been working on for years. It’s not just that we want to be seen as innovative, the fact is that companies are asking their employees to do more than they’ve ever asked before. More often companies want to roll out processes as employee or manager self-service, where an employee is responsible to review and maintain their own data. So we’ve had to reinvent, and ask,  “How can we modify the ways an employee interacts with our applications so that they can be more productive and efficient – even with tasks that are entirely unfamiliar?”  Our focus on innovation has forced us to design new ways for users to interact with the entire application.Q: How are the UX features you have delivered so far resonating with customers?  A: Resonating very well. We’re hearing tremendous responses from users, managers, decision-makers -- who are very happy with the improved user experience. Many of the individual features resonate well. Some have really hit home, others are better than they used to be but show us that there’s still room for improvement.A couple innovations really stand out; features that have a significant effect on how users interact with PeopleSoft.First, the deployment of PeopleSoft in a way that’s more like a consumer website with the PeopleSoft Home page and Dashboards.  This new approach is very web-centric, where users feel they’re coming to a website rather than logging into an enterprise application.  There’s lots of information from all around the organization collected in a way that feels very familiar to users. In order to do your job, you can come to this web site rather than having to learn how to log into an application and figure out a complicated menu. Companies can host these really rich web sites for employees that are home pages for accessing critical tasks and information. The UI elements of incorporating search into the whole navigation process is another hit. Rather than having to log in and choose a task from a menu, users come to the web site and begin a task by simply searching for data: themselves, another employee, a customer record, whatever.  The search results include the data along with a set of actions the user might take, completely eliminating the need to hunt through a complicated system menu. Search-centric navigation is really sitting well with customers who are trying to deploy an intuitive set of systems. Q: Are any UX highlights more popular than you expected them to be?  A: We introduced a feature called Pivot Grid in the last release, which is a combination of an interactive grid, like an Excel Pivot Table, along with a dynamic visual chart that automatically graphs the data. I wasn’t certain at first how extensively this would be used. It looked like an innovative tool, but it wasn’t clear how it would be incorporated in business process applications. The fact is that everyone who sees Pivot Grids is thrilled with that kind of interactivity.  It reflects the amount of analytical thinking customers are asking employees to do. Employees can’t just enter data any more. They must interact with it, analyze it, and make decisions. Pivot Grids fit into this way of working. Q: What can you tell us about PeopleSoft’s mobile offerings?A: A lot of customers are finding that mobile is the chief priority in their organization.  They tell us they want their employees to be able to access company information from their mobile devices.  Of course, not everyone has the same requirements, so we’re working to make sure we can help our customers accomplish what they’re trying to do.  We’ve already delivered a number of mobile features.  For instance, PeopleSoft home pages, dashboards and workcenters all work well on an iPad, straight out of the box.  We’ve delivered a number of key functions and tasks for mobile workers – those who are responsible for using a mobile device to manage inventory, for example.  Customers tell us they also need a holistic strategy, one that allows their employees to access nearly every task from a mobile device.  While we don’t expect users to do extensive data entry from their smartphone, it makes sense that they have access to company information and systems while away from their desk.  That’s where our strategy is going now.  We plan to unveil a number of new mobile offerings at OpenWorld.  Some will be available then, some shortly after. Q: What else are you working on now that you think is going to be exciting to customers at Oracle OpenWorld?A: Our next release -- the big thing is PeopleSoft 9.2, and we’ll be talking about the huge amount of work that’s gone into the next versions. A new toolset, 8.53, will be coming, and there’s a lot to talk about there, and the next generation of PeopleSoft 9.2.  We have a ton of new stuff coming.Q: What do you want PeopleSoft customers to know? A: We have been focusing on the user experience in PeopleSoft as a very high priority for the last 4 years, and it’s had interesting effects. One thing is that the application is better, more usable.  We’ve made visible improvements. Another aspect is that in customers’ minds, the PeopleSoft brand is being reinvigorated. Customers invested in PeopleSoft years ago, and then they weren’t sure where PeopleSoft was going.  This investment in the UI and overall user experience keeps PeopleSoft current, innovative and fresh.  Customers  are able to take advantage of a lot of new features, even on the older applications, simply by upgrading their PeopleTools. The interest in that ability has been tremendous. Knowing they have a lot of these features available -- right now, that’s pretty huge. There’s been a tremendous amount of positive response, just on the fact that we’re focusing on the user experience.
