  • In-Application Support Made Easier

    With the availability of Oracle UPK 3.6.1 and Enablement Service Pack 1 for Oracle UPK 3.6.1 (Oracle Support login required for both), there are quite a few changes for content admins to absorb. In addition to the support added for dozens of application releases, patches and new target applications, we've also added features to make implementing and using In-Application Support even easier. First, the old Help Menu Integration Guides have been updated and combined into a single In-Application Support Guide. If you integrate UPK content for user assistance, or if you're interested in doing so, read the new guide! It covers all the integration steps, including a section on the new In-Application Support Configuration Utility. If you've integrated content in multiple languages, or if you've ever had to make configuration changes for UPK Help Integration, then you know how cumbersome it was to manually edit javascript files. No longer! The Player now includes a configuration utility that provides a web browser interface for setting all In-Application Support options. From the main screen, you see a list of applications covered by the published content. Clicking on an application name takes you to the edit configuration screen where you can set all Player options for that application. No more digging through the Player folders to find the right javascript file to edit. No complicated javascript syntax to make changes. And with Enablement Service Pack 1 we've added a new feature we're calling the Tabbed Gateway. The Tabbed Gateway is a top-level navigation bar for Help Integration. And all tabs, links, and text are controlled with the Configuration Utility... I think the Tabbed Gateway is a really cool and exciting feature for content launch.   • User Produtivity Kit - Powerful Packages (Part 1)

    User Productivity Kit provides the ability to create a variety of content types including robust topics on system process and web pages with formatted text and graphics. There are times when you want to enhance content with media types not naively created by User Productivity Kit, media types such as video, custom animations, forms, and more. One method of doing this is to maintain these media files on a web server - separate from the User Productivity Kit player content and link to the files using absolute URLs such as http://myserver/overview.html. While this will get you going, you won't benefit from the content management capabilities of the UPK Developer. Features such as check-in / check-out, history, document properties, folder permissions and more are not available to this external content. Further, if you ever need to move that content to a server with a different name or domain, you'd need to update all your links. UPK version 3.1 introduced a new document type - the package. A package is a group of folders and files that you manage in the Developer library as a single document. These package documents work in the same manner as any other document in the library and you can use all of the collaborative content development features you see with other document types. Packages can be used for anything from single Word documents, PDF files, and graphics to more intricate sets of inter-related files commonly seen with HTML files and their graphics, style sheets, and JavaScript files. The structure of the files and folders within a package will always be preserved so this means that any relative links between files in the package will work. For example, an HTML file containing an image tag with a relative link to a graphic elsewhere in the same package will continue to function properly both when viewed in the Developer and when published to outputs such as the UPK Player. Once you start to use packages, you'll soon discover that there is a lot of existing content that can be re-purposed by placing it into UPK packages. Packages are easily created by selecting File...New...Package. Files can be added in a number of ways including the "Add Files" button, copy & paste from Windows Explorer, and drag & drop. To use one of the files in the package, just create a link to the file in the package you want to target. This is supported throughout the Developer in places such as section & topic concepts, frame links and hyperlinks in web pages. A little more challenging is determining how to structure packages in your library. As I mentioned earlier, a package can contain anything from a single file to dozens of files and folders. So what should you do? You could create a package for each file. You could create one package for all your files. But which one is right? Well, there's not a right and wrong answer to this question. There are advantages and disadvantages to each. The right decision will be influenced by the package files themselves, the structure of the content in the library, the size and working style of the development team, how content is shared between different outlines and more. The first consideration can be assessed the quickest. If the content to be placed in the package is composed of multiple files and those files reference each other, they should be in the same package. There are loads of examples of this type of content. HTML files with graphics and style sheets, HTML files with embedded Flash movies, and Word documents saved as HTML are all examples where the content is composed of multiple files and the files reference each other in some way. Content like this should always be placed in a singe package such that these relative links between the files are preserved and play properly in the UPK Player.   • Recording Topics manually and automatically

    When you are recording UPK topics, the default mode for recording is manual recording, where you tell the system when to record each screen shot. This mode allows you to take the exact screen shot you need. However, it does get a bit tedious when you are recording long topics, especially if you forget to take a few screen shots. In UPK 3.5, a new version of recording was introduced - Automatic Recording. It was designed to simplify the recording process by automatically capturing screen shots as you perform your transaction. If you haven't experimented with Automatic Recording, I'd recommend you give it a try - it might make your recording life easier. If you are recording with sound, you can also narrate your topic while recording it. To turn on Automatic Recording: 1. In Tools/Options, there are two recorder tabs. The first tab, under content defaults, includes settings that you may want to share between developers, like whether keyboard shortcuts are automatically captured. 2. The second tab is the one that contains the personal preferences, like screen shot capture key and whether to record automatically or manually. On this tab, choose the option for Automatic Recording. 3. Save the settings. Note that this setting will NOT impact content defaults; this is for your user only. When you launch the recorder, you will notice a slightly different message with guidance on how to start and stop automatic recording. Once you start recording, the recorder window is hidden until the end of the recording session to allow you to capture your transaction. In the task tray, there is a series of icons that let you know that you are capturing content. You can pause the recording, as well as set and view your sound levels if you are using sound. A camera appears during each screen capture to help you know when the system is capturing a screen shot, and a context indicator appears to show the recognition. With automatic recording, you can let the system capture the necessary screen shots. It may provide a more natural recording experience, and is probably easier for the untrained developer. On the other hand, you have a bit more control with manual recording on which screen shot appears, but it also means you have to remember to capture the screen shot. :) We'd be interested in hearing which type of recording you do, and any rationale on why you made that choice.   • Oracle Tutor: XPDL conversion (and why you should care)

    You may have noticed that the Oracle Business Process Converter feature in Tutor 14 supports "XPDL" conversion to Oracle Business Process Analysis Suite (BPA), Oracle Business Process Management Suite (BPM), and Oracle Tutor, and you may have briefly wondered "what is XPDL?" before you moved on to the Visio import feature (a very popular feature in Tutor 14). This posting is for those who do not yet understand (or care) about XPDL and process modeling. Many of us (and I'm including myself) have spent years working in the process definition arena: we've written procedures, designed systems and software to help others write procedures, and have been responsible for embedding policies and procedures into training material for employees. We've worked with tools such as Oracle Tutor, Microsoft Visio, Microsoft Word, and UPK. Most of us have never worked with "modeling tools" before, and we certainly never had to understand BPMN. It's a brave new world in this arena, and companies desperately need people with policy and procedural system expertise to be able to work with system analysts so there is a seamless transfer of knowledge from IT to employees. When working with applications, a picture is worth a thousand words, so eventually you're going to need to understand and be able to work with business process models. XPDL is an acronym for XML Process Definition Language, and it is an interchange format for business process models. It allows you to take a BPMN model that was developed in one workflow application such as BizAgi and import it into another workflow application or a true BPMN management system such as Oracle BPM. Specifically, the XPDL format contains the graphical information of a model as well as any executable information. By using a common format, models can be moved from a basic modeling application used by business owners to applications used by system architects. Over 80 applications support the XPDL format, including MetaStorm ProVision, BEA ALBPM, BizAgi, and Tibco. I mention these applications because we have provided XSLT mapping files specifically for these vendors. Oracle Business Process Converter was designed with user extensibility in mind, and thus users can add their own XML files so that additional XPDL models from other vendors can be converted to BPM, BPA, and Oracle Tutor. Instructions on how to add your own files can be found in Appendix 4 of the Oracle Business Converter manual. Let's take a visual look at how this works. Here is an example of a model devloped in BizAgi: This model can be created by the average business user without a large learning curve, and it's a good start for the system analyst who will be adding web services as well as for the business manager who manages the process described in the model. By exporting this model as XPDL, the information can be converted into Oracle BPA and Oracle BPM as well as converted to Oracle Tutor to become the framework for a procedure. Through this conversion feature, one graphic illustration of a business process can be used by a system analyst, business analyst, business manager, and employee, as seen below. Model Converted to Tutor Procedure Below is the task section of the procedure after conversion from an XPDL file. Model converted to BPA Model converted to BPM End users still want step by step instructions on how to perform their jobs, so procedures (Oracle Tutor) and application simulations (UPK) are still a critical piece of the solution. But IT professionals need graphic descriptions of how the applications work, regardless of whether there are any tasks involving humans. Now there is a way to convert procedures (Oracle Tutor docx files) and basic models (XPDL files) so that business managers and system analysts can share process information.   • Questions, Knowledge Checks and Assessments

    Questions should be used to reinforce concepts throughout the title. You have the option to include questions in the course, in assessments, in Knowledge Checks, or in any combination. Questions are required for creating knowledge checks and assessments. It is important to remember that questions that are not in assessments are not tracked. Be sure to structure your outline so that questions are added to the appropriate assignable unit. I usually recommend that questions appear directly below their relative section. This serves two purposes. First, it helps ensure that the related content and question stay relative to one another. Secondly, it ensures that when the "link to subject" option is used it will relate back to the relative content. Knowledge checks are created using the questions that have been added to the related assignable unit. Use Knowledge Checks to give users an additional opportunity to review what they have learned. Knowledge Check allows users to check their own knowledge without being tracked or scored. Many users like having this self check option, especially if they know they are going to be tested later. Each assignable unit can have its own Knowledge Check. Assessments provide a way to measure knowledge or understanding of the course material. The results of each assessment are scored and tracked. Assessments are created using the questions that have been added to the relative assignable unit(s). Each assignable unit, including the Title AU, can have multiple assessments. Consider how your knowledge paths will be structured when planning your assessments. For instance, you can create a multiple-activity knowledge path, with multiple assessments from the same title or assignable unit. Also remember, in Manager an assessment can be either a pre or post assessment. Pre-assessments allow the student to discover what is already known in a specific topic or subject and important if the personal course feature is being used. Post-assessments allow you test the student knowledge or understanding after completing the material.

  • Knowledge Pathways Designer - Recommended Settings

    The General page of the Options dialog box contains the application preferences for Knowledge Pathways Designer. It is recommended that you leave certain settings as they are, unless you have a specific reason for changing them. The following are a few of the settings on the General page with an explanation of the recommended setting. They are in the order they appear on the page: Allow version 2.0 style links: This option should remain disabled unless you were using content that was created using version 2.0 of Knowledge Pathways and you want the same linking functionality that existed in that version 2.0. This feature enables you to reuse parts of titles that contain no AUs. However, keep in mind that this type of link is not a true link, but a cross between a copy and a link. To create a 2.0 style link, you drag and drop sections between titles. You can only create 2.0 style links to sections that belong to the Title AU. When creating a version 2.0 style link, your mouse pointer will change to indicate a 2.0 link is being created. Confirm deletion of outline items and Confirm deletion of titles: It is recommended that these options remain enabled to avoid deleting something by accident. Display tracking data loss warning when opening a published title: It recommended that this option be enabled so you will receive the warning message when you open the development copy of a title, reminding you of the implications of your changes. ulCopy files when converting a Section to an Assignable Unit: This option should remain enabled unless you have a specific reason for not copying the files. If this is disabled, you will (in effect) lose your content files upon converting because they will not be copied to the new AU directory on the content root. In this case, you would need to use Windows Explorer to copy your files manually. Working with Spelling Options All of the spelling options are enabled by default. Your design team can review these options to determine if you want to make changes, depending upon your specific needs. Understanding Dictionary Options You should leave the dictionary options as they are, unless you have a specific reason for changing them. While you can delete the user (customizable) dictionary, doing so is not recommended. Setting Check In/Check Out Options The ability to check in and check out titles and AUs will impact the efficiency of your design team. Decide what your check in and check out processes are before you start developing titles. The Check In/Check Out page of the Options dialog box contains two options that affect what happens when you open a title using the Open Title dialog box. Both of these options are enabled by default and are described below: Check Out for editing enabled: This option ensures that the Check Out for editing option will be selected when you open the development copy of a title from the Open Title dialog box. If this option is disabled, you must select the Check Out for editing option every time you want to check out a title for editing. Attempt to Check Out for entire branch: When this option is enabled, Designer checks out the selected title and all AUs and sections that are part of that title, provided they are available for check out. If this option is disabled, you will only check out the Title AU and anything that belongs to that Title AU (e.g., sections, questions, etc.), but not other AUs. The Check In/Check Out page of the Options dialog box also contains options that control what happens when you close a title. You can choose one option in the Check In when Closing a Title area. The option selected is a matter of preference and you should determine which option is most appropriate for your design team.

  • Oracle Tutor: Installing Is Not Implementing or Why CIO's should care about End User Adoption

    Eighteen months ago I showed Tutor and UPK Productive Day One overview to a CIO friend of mine. He works in a manufacturing business which had been recently purchased by a global conglomerate. He had a major implementation coming up, but said that the corporate team would be coming in to handle the project. I asked about their end user training approach, but it was unclear to him at the time. We were in touch over the course of the implementation project. The major activities were data conversion, how-to workshops, General Ledger realignment, and report definition. The message was "Here's how we do it at corporate, and here's how you are going to do it." In short, it was an application software installation. The corporate team had experience and confidence and the effort through go-live was smooth. Some weeks after cutover, problems with customer orders began to surface. Orders could not be fulfilled in a timely fashion. The problem got worse, and the corporate emergency team was called in. After many days of analysis, the issue was tracked down and resolved, but by then there were weeks of backorders, and their customer base was impacted in a significant way. It took three months of constant handholding of customers by the sales force for good will to be reestablished, and this itself diminished a new product sales push. I learned of these results in a recent conversation with the CIO. I asked him what the solution to the problem was, and he replied that it was twofold. The first component was a lack of understanding by customer service reps about how a particular data item in order entry was to be filled in, resulting in discrepant order data. The second component was that product planners were using this data, along with data from other sources, to fill in a spreadsheet based on the abandoned system. This spreadsheet was the primary input for planning data. The result of these two inaccuracies was that key parts were not being ordered to effectively meet demand and the lead time for finished goods was pushed out by weeks. I reminded him about the Productive Day One approach, and it's focus on methodology and tools for end user training. A more collaborative solution workshop would have identified proper applications use in the new environment. Using UPK to document correct transaction entry would have provided effective guidelines to the CSRs for data entry. Using Oracle Tutor to document the manual tasks would have eliminated the use of an out of date spreadsheet. As we talked this over, he said, "I wish I knew when I started what I know now." Effective end user adoption is the most critical and most overlooked success factor in applications implementations. When the switch is thrown at go-live, employees need to know how to use the new systems to do their jobs. Their jobs are made up of manual steps and systems steps which must be performed in the right order for the implementing organization to operate smoothly. Use Tutor to document the manual policies and procedures, use UPK to document the systems tasks, and develop this documentation in conjunction with a solution workshop.
