  • Productivity Tips

    A few months ago during my first end of year review at Microsoft I was doing an assessment of my year.  One of my personal goals to come out of this reflection was to improve my personal productivity.  While I hear many people say “I wish I had more hours in the day so that I could get more done” I feel like that is the wrong approach.  There is an inherent assumption that you are being productive with your time that you already have and thus more time would allow you to be as productive given more time.    Instead of wishing I could add more hours to the day I’ve begun adopting a number of processes or behavior changes in my personal life to make better use of my time with the goal of improving productivity.  The areas of focus are as follows: Focus Processes Tools Personal health Email Note: A number of these topics have spawned from reading Scott Hanselman’s blog posts on productivity, reading of David Allen’s book Getting Things Done, and discussions with friends and coworkers who had great insights into this topic.   Focus Pre-reading / viewing: Overcome your work addiction Millennials paralyzed by choice Its Not What You Read Its What You Ignore (Scott Hanselman video)    I highly recommend Scott Hanselman’s video above and this post before continuing with this article.  It is well worth the 40+ mins price of admission for the video and couple minutes for article.  One key takeaway for me was listing out my activities in an average week and realizing which ones held little or no value to me.  We all have a finite amount of time to work each day.  Do you know how much time and effort you spend on various aspects of your life (family, friends, religion, work, personal happiness, etc.)?  Do your actions and commitments reflect your priorities?    The biggest time consumers with little value for me were time spent on social media services (Twitter and Facebook), playing an MMO video game, and watching TV.  I still check up on Facebook, Twitter, Microsoft internal chat forums, and other services to keep contact with others but I’ve reduced that time significantly.  As for TV I’ve cut the cord and no longer subscribe to cable TV.  Instead I use Netflix, RedBox, and over the air channels but again with reduced time consumption.  With the time I’ve freed up I’m back to working out 2-3 times a week and reading 4 nights a week (both of which I had been neglecting previously).  I’ll mention a few tools for helping measure your time in the Tools section.   Processes    Do not multi-task.  I’ll say it again.  Do not multi-task.  There is no such thing as multi tasking.  The human brain is optimized to work on one thing at a time.  When you are “multi-tasking” you are really doing 2 or more things at less than 100%, usually by a wide margin.  I take pride in my work and when I’m doing something less than 100% the results typically degrade rapidly.    Now there are some ways of bending the rules of physics for this one.  There is the notion of getting a double amount of work done in the same timeframe.  Some examples would be listening to podcasts / watching a movie while working out, using a treadmill as your work desk, or reading while in the bathroom.    Personally I’ve found good results in combining one task that does not require focus (making dinner, playing certain video games, working out) and one task that does (watching a movie, listening to podcasts).  I believe this is related to me being a visual and kinesthetic (using my hands or actually doing it) learner.  I’m terrible with auditory learning.  My fiance and I joke that sometimes we talk and talk to each other but never really hear each other.   Goals / Tasks    Goals can give us direction in life and a sense of accomplishment when we complete them.  Goals can also overwhelm us and give us a sense of failure when we don’t complete them.  I propose that you shift your perspective and not dwell on all of the things that you haven’t gotten done, but focus instead on regularly setting measureable goals that are within reason of accomplishing.    At the end of each time frame have a retrospective to review your progress.  Do not feel guilty about what you did not accomplish.  Feel proud of what you did accomplish and readjust your goals for the next time frame to more attainable goals.  Here is a sample schedule I’ve seen proposed by some.  I have not consistently set goals for each timeframe, but I do typically set 3 small goals a day (this blog post is #2 for today). Each day set 3 small goals Each week set 3 medium goals Each month set 1 large goal Each year set 2 very large goals   Tools    Tools are an extension of our human body.  They help us extend beyond what we can physically and mentally do.  Below are some tools I use almost daily or have found useful as of late. Disclaimer: I am not getting endorsed to promote any of these products.  I just happen to like them and find them useful. Instapaper – Save internet links for reading later.  There are many tools like this but I’ve found this to be a great one.  There is even a “read it later” JavaScript button you can add to your browser so when you navigate to a site it will then add this to your list. Stacks for Instapaper – A Windows Phone 7 app for reading my Instapaper articles on the go.  It does require a subscription to Instapaper (nominal $3 every three months) but is easily worth the cost.  Alternatively you can set up your Kindle to sync with Instapaper easily but I haven’t done so. SlapDash Podcast – Apps for Windows Phone and  Windows 8 (possibly other platforms) to sync podcast viewing / listening across multiple devices.  Now that I have my Surface RT device (which I love) this is making my consumption easier to manage. Feed Reader – Simple Windows 8 app for quickly catching up on my RSS feeds.  I used to have hundreds of unread items all the time.  Now I’m down to 20-50 regularly and it is much easier and faster to consume on my Surface RT.  There is also a free version (which I use) and I can’t see much different between the free and paid versions currently. Rescue Time – Have you ever wondered how much time you’ve spent on websites vs. email vs. “doing work”?  This service tracks your computer actions and then lets you report on them.  This can help you quantitatively identify areas where your actions are not in line with your priorities. PowerShell – Windows automation tool.  It is now built into every client and server OS.  This tool has saved me days (and I mean the full 24 hrs worth) of time and effort in the past year alone.  If you haven’t started learning PowerShell and you administrating any Windows OS or server product you need to start today. Various blogging tools – I wrote a post a couple years ago called How I Blog about my blogging process and tools used.  Almost all of it still applies today.   Personal Health    Some of these may be common sense or debatable, but I’ve found them to help prioritize my daily activities. Get plenty of sleep on a regular basis.  Sacrificing sleep too many nights a week negatively impacts your cognition, attitude, and overall health. Exercise at least three days.  Exercise could be lifting weights, taking the stairs up multiple flights of stairs, walking for 20 mins, or a number of other "non-traditional” activities.  I find that regular exercise helps with sleep and improves my overall attitude. Eat a well balanced diet.  Too much sugar, caffeine, junk food, etc. are not good for your body.  This is not a matter of losing weight but taking care of your body and helping you perform at your peak potential.   Email    Email can be one of the biggest time consumers (i.e. waster) if you aren’t careful. Time box your email usage.  Set a meeting invite for yourself if necessary to limit how much time you spend checking email. Use rules to prioritize your email.  Email from external customers, my manager, or include me directly on the To line go into my inbox.  Everything else goes a level down and I have 30+ rules to further sort it, mostly distribution lists. Use keyboard shortcuts (when available).  I use Outlook for my primary email and am constantly hitting Alt + S to send, Ctrl + 1 for my inbox, Ctrl + 2 for my calendar, Space / Tab / Shift + Tab to mark items as read, and a number of other useful commands.  Learn them and you’ll see your speed getting through emails increase.   • Booting CDs/USB devices after installing Windows 8

    I recently installed Windows 8 on one of my four primary partitions. I had two partitions for Windows 7 (boot and os), one for the Windows System Recovery Environment and the last for Ubuntu. I was often using Ubuntu, but after the installation of Windows 8 Pro I couldn't boot in it because it needed the reinstallation of GRUB2. So I thought to do it by Terminal in a live cd; but when I tried to boot the Live CD, it booted me Windows 8 Pro. This is a problem of UEFI, Secure Boot or my BIOS? It didn't happen never before now. And if it's a problem of Secure Boot, how to disable it? Thanks in advance, Sho.

Would a roll-your-own, inhouse SHO Linux/Winserver box help? Thank you so much! edit; navigating SF for my first time I now notice the "professionals" air and feel to the comments. Although I feel justified for being here(armed with directly relevant, well-rounded knowledge/proficiency/experience)I apologize for diving in headlong without proper post etiquette or correct placement.   • Why Cornell University Chose Oracle Data Masking

    One of the eight Ivy League schools, Cornell University found itself in the unfortunate position of having to inform over 45,000 University community members that their personal information had been breached when a laptop was stolen. To ensure this wouldn’t happen again, Cornell took steps to ensure that data used for non-production purposes is de-identified with Oracle Data Masking. A recent podcast highlights why organizations like Cornell are choosing Oracle Data Masking to irreversibly de-identify production data for use in non-production environments. Organizations often copy production data, that contains sensitive information, into non-production environments so they can test applications and systems using “real world” information. Data in non-production has increasingly become a target of cyber criminals and can be lost or stolen due to weak security controls and unmonitored access. Similar to production environments, data breaches in non-production environments can cost millions of dollars to remediate and cause irreparable harm to reputation and brand. Cornell’s applications and databases help carry out the administrative and academic mission of the university. They are running Oracle PeopleSoft Campus Solutions that include highly sensitive faculty, student, alumni, and prospective student data. This data is supported and accessed by a diverse set of developers and functional staff distributed across the university. Several years ago, Cornell experienced a data breach when an employee’s laptop was stolen.  Centrally stored backup information indicated there was sensitive data on the laptop. With no way of knowing what the criminal intended, the university had to spend significant resources reviewing data, setting up service centers to handle constituent concerns, and provide free credit checks and identity theft protection services—all of which cost money and took time away from other projects. To avoid this issue in the future Cornell came up with several options; one of which was to sanitize the testing and training environments. “The project management team was brought in and they developed a project plan and implementation schedule; part of which was to evaluate competing products in the market-space and figure out which one would work best for us.  In the end we chose Oracle’s solution based on its architecture and its functionality.” – Tony Damiani, Database Administration and Business Intelligence, Cornell University The key goals of the project were to mask the elements that were identifiable as sensitive in a consistent and efficient manner, but still support all the previous activities in the non-production environments. Tony concludes,  “What we saw was a very minimal impact on performance. The masking process added an additional three hours to our refresh window, but it was well worth that time to secure the environment and remove the sensitive data. I think some other key points you can keep in mind here is that there was zero impact on the production environment. Oracle Data Masking works in non-production environments only.   • December 3 is Stephanie Choyer Day

    I don't answer Stephanie Choyer's email just so I can enjoy her French accent when she calls. "Reek! Reek! Why do joo not answer my eemails?" Without the French, life on Earth would be so much poorer. No, they don't bring to the party any motorcycles that grow chest on your hair, and the Citroen is such a frightening study in Automobile design that I don't dare climb inside one. But they have French architecture. French sidewalks. French villages. The French Alps. Grenoble. French cheese. French wine. And that glorious French accent. If I were French, I'd spend all my time enjoying being French. Which makes the work that Stephanie does day in and day with our hard-edged technologies and stubborn technologists so admirable. Oracle Solaris 11 Resources for Sysadmins and Developers The page in the link above represents the work of many people, but it was Steph who rounded them up. And it wasn't easy. I know, because I ran and hid from her on many, many occasions. But she was tireless. "Reek. Reek. Why have you not published Glynn's article? Pleeeease, you must!" Remember when tech companies gave you a simple choice? You could either read the 27,000 pages of documentation or a double-sided data sheet. Which will it be, pal? Then they started writing white papers. 74 pages of excellent prose did a beautiful job of explaining why the technology was fantastic, but never told you how to use it. Well, have you taken a look at these? How-To Technical Articles for System Admins and Developers Now you can get wicked excited about a cool technique described in a 74-page white paper, and find a technical article that shows you exactly how to use it. The wicked smart marketing folks on the Oracle Solaris team wrote them, but it was Steph who bribed them with a Cabernet or beat them over the head with a baguette until all that work was finished and posted on OTN. There are songs about French wine, but not about French vintners. There are songs about French cities, but not about French bricklayers. About French sidewalks, but not about the French policemen who keep them safe. As far as I know, there are no songs about OTN, but if there were, they would probably neglect to mention Steph. Which is why today, Dec 3rd, we celebrate Stephanie Choyer Day. We dedicate this day to our relentless, hardworking, tireless, patient and friendly French colleague with the delightful accent. If I knew how to speak French, I'd say "Thanks for all you do" in French. But I don't speak French. And I don't trust online translations. I'd probably wind up saying "My left foot yearns for curdled milk." So here it is in plain old English: Thank you, Stephanie. psssst! about that documentation and those white papers ... In case you haven't noticed, the Oracle Solaris doc team has done some pretty cool things with the Solaris docs. And those white papers are interesting reading, well worth setting aside some time. Because with Solaris, as you know, it's not just about getting by with a rudimentary grasp of the basics. It's about the amazing stuff savvy sysadmins and developers can do when they really understand it.   • Taking Your Business Scorecard Golfing

    Our workplace world is definitely changing. Not only are we taking work home, but we are working during odd hours in some very strange places.  I had the pleasure of interviewing Jacques Vigeant, Product Strategy Manager for Oracle Business Intelligence and Enterprise Performance Management, on a Podcast, and he enlightened me about how our mobile devices and business scorecards are enabling us to be more accountable and keep a watchful eye on business – even while on the golf course.Business scorecards have been around for many years - so I asked Jacques if he felt they had changed significantly due to technology. His answer was, “Yes, and no.”  Jacques agreed that scorecard enthusiasts are still passionate about executing the company strategy and monitoring Key Performance Indicators (KPIs), but scorecards and Business Intelligence (BI) as a whole have changed.  He explained that five to six years ago, people did BI work at the office and, for the most part, disconnected from their computer and workplace when they went home – with the exception of checking email and making a phone call or two. But now, that is no longer the case. People are virtually always connected with work and, more importantly, expect their BI and scorecards to be ‘always on,’ regardless of whether they are at their desk or somewhere else.Basically, the BI paradigm has changed from a 'pull' model, where employees are at their desks querying or pulling information from the system, to a 'push' model where employees expect their BI and scorecard systems to reach out (or push information) to them when there is something of note to learn or something on which they need to take action. I found this very interesting. However mobile devices do have their limitations with respect to screen sizes – does it really make sense to look at your strategy/scorecard on tiny devices? What kind of scorecard activities can you really expect to be able to do? Jacques’ answer was very logical. “When you think of a scorecard, it is really comprised of an organization of KPIs that are aligned with the strategic objectives of your company. KPIs are the heart of how you will execute your strategy. So, if you decompose that a little more, each KPI is well defined with the thresholds that you should keep an eye on and who is responsible for them. When we talk about scorecarding on a phone, we aren’t talking about surfing the strategy and exploring the strategy map like we do on the desktop. In a scorecarding context, we use the phone more as an alerting mechanism or simple monitoring device for your KPIs.”Jacques gave a great example of an inventory manager who took part of an afternoon off to go golfing before winter finally hit, and while on the front nine holes, his phone vibrated. His scorecard was alerting him that the inventory levels for one of the products was below some threshold that he had set.  From his phone, he had set up three options within Oracle Scorecard and Strategy Management (OSSM) for this type of situation:  1. Contact the warehouse manager directly by phone and work it out (standard phone function)  2. Tap/hold the KPI and add an annotation to the KPI in OSSM using the dictation capabilities of the phone and deal with it more fully when he gets back to the office  3. Tap/hold the KPI and invoke a business process from OSSM to transfer product from another warehouse with higher stock levels to the one that needs it  Being on a phone should still give you options to quickly deal with situations as needed, but mobile phones are not designed for nor should try to replicate the full desktop experience. I had the pleasure to interview Brian MacDonald, Principal Product Manager for Oracle Business Intelligence (BI) Mobile Products, about this subject, and he shared some wonderful insight about how the Oracle Mobile Security Tool Kit is addressing mobile security and doing some pretty cool things.  With the rapid proliferation of phones and tablets, there is a perception that mobile devices are a security threat to corporate IT, that mobile operating systems are not secure, and that there are simply too many ways to inadvertently provide access to critical analytic data outside the firewall. Every day, I see employees working on mobile devices at the airport, while waiting for their airplanes, and using public WIFI connections at coffee houses and in restaurants. These methods are not typically secure ways to access confidential company data. I asked Brian to explain why. “The native controls for mobile devices and applications are indeed insufficiently secure for corporate deployments of Business Intelligence and most certainly for businesses where data is extremely critical - such as financial services or defense - although it really applies across the board. The traditional approach for accessing data from outside a firewall is using a VPN connection which is not a viable solution for mobile. The problem is that once you open up a VPN connection on your phone or tablet, you are creating an opening for the whole device, for all the software and installed applications. Often the VPN connection by itself provides insufficient encryption – if any – which means that data can be potentially intercepted.” For this reason, most organizations that deploy Business Intelligence data via mobile devices will only do so with some additional level of control. So, how has the industry responded? What are companies doing to address this very real threat? Brian explained that “Mobile Device Management (MDM) and Mobile Application Management (MAM) software vendors have rapidly created solutions for mobile devices that provide a vast array of services for controlling, managing and establishing enterprise mobile usage policies. On the device front, vendors now support full levels of encryption behind the firewall, encrypted local data storage, credential management such as federated single-sign-on as well as remote wipe, geo-fencing and other risk reducing features (should a device be lost or stolen). More importantly, these software vendors have created methods for providing these capabilities on a per application basis, allowing for complete isolation of the application from the mobile operating system. Finally, there are tools which allow the applications themselves to be distributed through enterprise application stores allowing IT organizations to manage who has access to the apps, when updates to the applications will happen, and revoke access after an employee leaves. So even though an employee may be using a personal device, access to company data can be controlled while on or near the company premises. So do the Oracle BI mobile products integrate with the MDM and MAM vendors? Brian explained that our customers use a wide variety of mobile security vendors and may even have more than one in-house. Therefore, Oracle is ensuring that users have a choice and a mechanism for linking together Oracle’s BI offering with their chosen vendor’s secure technology. The Oracle BI Mobile Security Toolkit, which is a version of the Oracle BI Mobile HD application, delivered through the Oracle Technology Network (OTN) in its component parts, helps Oracle users to build their own version of the Mobile HD application, sign it with their own enterprise development certificates, link with their security vendor of choice, then deploy the combined application through whichever means they feel most appropriate, including enterprise application stores.  Brian further explained that Oracle currently supports most of the major mobile security vendors, has close relationships with each, and maintains strong partnerships enabling both Oracle and the vendors to test, update and release a cooperating solution in lock-step. Oracle also ensures that as new versions of the Oracle HD application are made available on the Apple iTunes store, the same version is also immediately made available through the Security Toolkit on OTN.  Rest assured that as our workforce continues down the mobile path, company sensitive information can be secured.  To listen to the entire podcast, click here.   • Insurers Pushed to Transform Their Business

    Everyone in the P&C industry has heard it “We can’t do it.” “Nobody wants to do it.” “We can’t afford to do it.”  Unfortunately, what they’re referencing are the reasons many insurers are still trying to maintain their business processing on legacy policy administration systems, attempting to bide time until there is no other recourse but to give in, bite the bullet, and take on the monumental task of replacing an entire policy administration system (PAS). Just the thought of that project sends IT, Business Users and Management reeling. However, is that fear real?  It is a bit daunting when one realizes that a complete policy administration system replacement will touch most every function an insurer manages, from quoting and rating, to underwriting, distribution, and even customer service. With that, everyone has heard at least one horror story around a transformation initiative that has far exceeded budget and the promised implementation / go-live timeline.    But, does it have to be that hard?  Surely, in the age where a person can voice-activate their DVR to record a TV program from a cell phone, there has to be someone somewhere who’s figured out how to simplify this process. To be able to help insurers, of all sizes, transform and grow their business while also delivering on their overall objectives of providing speed to market, straight-through-processing for applications, quoting, underwriting, and simplified product development. Maybe we’re looking too hard and the answer is simple and straight-forward. Why replace the entire machine when all it really needs is a new part…a single enterprise rating system? This core, modular piece of the policy administration system is the foundation of product development and rate management that enables insurers to provide the right product at the right price to the right customer through the best channels at any given moment in time. The real benefit of a single enterprise rating system is the ability to deliver enhanced business capabilities, such as improved product management, streamlined underwriting, and speed to market. With these benefits, carriers have accomplished a portion of their overall transformation goal. Furthermore, lessons learned from the rating project can be applied to the bigger, down-the-road PAS project to support the successful completion of the overall transformation endeavor. At the recent Oracle OpenWorld Conference in San Francisco, information was shared with attendees about a recent “go-live” project from an Oracle Insurance Tier 1 insurer who did what is proposed above…replaced just the rating portion of their legacy policy administration system with Oracle Insurance Insbridge Rating and Underwriting.  This change provided the insurer greater flexibility to set rates that better reflect risk while enabling the company to support its market segment strategy. Using the Oracle Insurance Insbridge enterprise rating solution, the insurer was able to reduce processing time for agents and underwriters, gained the ability to support proprietary rating models and improved pricing accuracy.      There is mounting pressure on P&C insurers to produce growth and show net profitability in the midst of modest overall industry growth, large weather-related losses and intensifying competition for market share.  Insurers are also being asked to improve customer service, offer a differentiated value proposition and simplify insurance processes.  While the demands are many there is an easy answer…invest in and update the most mission critical application in your arsenal, the single enterprise rating system.   • Why I Love the Social Management Platform I Use

    Not long ago, I asked the product heads for the various components of the Oracle Social Cloud’s SRM to say what they thought was coolest about their component. And while they did a fine job, it was recently pointed out to me that no one around here uses the platform in a real-world setting more than I do, as I not only blog and podcast my brains out, I also run Oracle Social’s own social properties. Of course I’m pro-Oracle Social’s product. Duh. But if you can get around immediately writing this off as a puff piece, there are real reasons beyond my employment that the Oracle SRM works for me as a community manager. If it didn’t, I could have simply written about something else, like how people love smartphones or something genius like that. Post Grid I like seeing what I want to see. I’m difficult that way. Post grid lets me see all posts for all channels, with custom columns showing me how posts are doing. I can filter the grid by social channel, published, scheduled, draft, suggested, etc. Then there’s a pullout side panel that shows me post details, including engagement analytics. From the pullout, I can preview the post, do a quick edit, a full edit, or (my favorite) copy a post so I can edit it and schedule it for other times so I don’t have to repeat from scratch. I’m not lazy, just time conscious. The Post Creation Environment Given our post volume, I need this to be as easy as it can be. I can highlight which streams I want the post to go out on, edit for the individual streams, maintain a media library that’s easy to upload to and attach from, tag posts, insert links that auto-shorten to an orac.le shortlink, schedule with a nice calendar visual, geo-target, drop photos inline into Twitter, and review each post. Watching My Channels The Engage component of the Oracle SRM brings in and drops into a grid the activity that’s happening on all my channels. I keep this open round-the-clock. Again, I get to see only what I want; social network, stream, unread messages, engagement by how I labeled them, and date range. I can bring up a post with a click, reply, label it, retweet it, assign it, delete it, archive it, etc. So don’t bother trying to be a troll on my channels. Analytics Social publishing and engaging 24/7 would be pretty unrewarding if I couldn’t see how our audience was responding. Frankly, I get more analytics than I know what to do with (I’m a content creator, not a data analyst). But I do know what numbers I care about, and they’re available by channel, date range, and campaigns. I’m seeing fan count, sources and demographics. I’m seeing engagement, what kinds of posts are getting engagement, and top engagers. I’m seeing my reach, both organic and paid. I’m seeing how individual posts performed in terms of engagement and virality, and posting time/date insight. Have I covered all the value propositions? I’ve covered pathetically few of them. It would be impossible in blog length to give shout-outs to the vast number of features and functionalities. From organizing teams and managing permissions with Workflow to the powerful ability to monitor topics (and your competition) across the web in Listen, it’s a major, and increasingly necessary, weapon in your social marketing arsenal. The life of a Community Manager is not for everybody. So if the Oracle SRM can actually make a Community Manager’s life easier, what’s not to love?
