  • Getting your bearings and defining the project objective

    I wrote this two years ago and thought it was worth posting… Some may think this is a daunting task and some may even say “what a waste of time” and want to open MS Project and start typing out tasks because someone asked for an estimate and a task list. Hell, maybe you even use Excel and pump out a spreadsheet with some real scientific formula for guessing how long it will take to code a bunch of classes. However, this short exercise will provide the basis for the entire project, whether small or large and be a great friend when communicating to anyone on your team or even your client. I call this the Project Brief. If you find yourself going beyond a single page, then you must decompose the sections and summarize your findings so there is a complete and clear picture of the project you are working on in a relatively short statement. Here is a great quote from the PMBOK (Project Management Body of Knowledge) relative to what a project is;   A project is a temporary endeavor undertaken to create a unique product, service or result. With this in mind, the project brief should encompass the entirety (objective) of the endeavor in its explanation and what it will take (goals) to create the product, service or result (deliverables). Normally the process of identifying the project objective is done during the first stage of a project called the Project Kickoff, but you can perform this very important step anytime to help you get a bearing. There are many more parts to helping a project stay on course, but this is usually the foundation where it can be grounded on. Through a series of 3 exercises, you should be able to come up with the objective, goals and deliverables on your project. Follow these steps, and in no time (about &frac12; hour), you will have the foundation of your project plan. (See examples below) Exercise 1 – Objectives Begin with the end in mind. Think about your project in business terms with a couple things to help you understand the objective; Reference the business benefit in terms of cost, speed and / or quality, Provide a higher level of what the outcome will look like (future sense) It should be non-measurable, that’s what the goals are all about The output should be a single paragraph with three sentences and take 10 minutes to write. *Typically, agreement must be reached on the objectives of the project before you would proceed to the next steps of the project. Exercise 2 – Goals A project goal is a statement that answers questions about who, what, why, where and when. A good project goal statement; Answers the five “W” questions for the project Is measurable in each of its parts Is published and agreed on by all the owners This helps the Project Manager receive confirmation on defining the project target. Using the established project objective done in the first exercise, think about the things it will take to get the job done. Think about tangible activities which are the top level tasks in a typical Work Breakdown Structure (WBS). The overall goal statement plus all the deliverables (next exercise) can be seen as the project team’s contract with the project owners. Write 3 - 5 goals in about 10 minutes. You should not write the words “Who, what, why, where and when, but merely be able to answer the questions when you read a goal. Exercise 3 – Deliverables Every project creates some type of output and these outputs are called deliverables. There are two classes of deliverables; Internal – produced for project team members to meet their goals External – produced for project owners to meet their expectations The list you enter here provides a checklist for the team’s delivery and/or is a statement of all the expectations of the project owners. Here are some typical project deliverables; Product and product documentation End product/system Requirements/feature documents Installation guides Demo/prototype System design documents User guides/help files Plans Project plan Training plan Conversion/installation/delivery plan Test plans Documentation plan Communication plan Reports and general documentation Progress reports System acceptance tests Outstanding bug list Procedures Risk and issue logs Project history Deliverables should go with each of the goals. Have 3-5 deliverables for each goal. When you are done, you will have established a great foundation for the clarity of your project. This exercise can take some time, but with practice, you should be able to whip this one out in 10 minutes as well, especially if you are intimate with an ongoing project. Samples  Objective [Client] is implementing a series of MOSS sites to support external public (Internet), internal employee (Intranet) and an external secure (password protected Internet) applications. This project will focus on the public-facing web site and will provide [Client] with architectural recommendations based on the current design being done by their design partner [Partner] and the internal Content Team. In addition, it will provide [Client] with a development plan and confidence they need to deploy a world class public Internet website. Goals 1.  [Consultant] will provide technical guidance and set project team expectations for the implementation of the MOSS Internet site based on provided features/functions within three weeks. 2.  [Consultant] will understand phase 2 secure password-protected Internet site design and provide recommendations.   Deliverables 1.1  Public Internet (unsecure) Architectural Recommendation Plan 1.2  Physical Site construction Work Breakdown Structure and plan (Time, cost and resources needed) 2.1  Two Factor authentication recommendation document   Objective [Client] is currently using an application developed by [Consultant] many years ago called "XXX". This application, although functional, does not meet their new updated business requirements and contains a few defects which [Client] has developed work-around processes. [Client] would like to have a "new and improved" system to support their membership management needs by expanding membership and subscription capabilities, provide accounting integration with internal (GL) and external (VeriSign) systems, and implement hooks to the current CRM solution. This effort will take place through a series of phases, beginning with envisioning. Goals 1. Through discussions with users, [Consultant] will discover current issues/bugs which need to be resolved which must meet the current functionality requirements within three weeks. 2. [Consultant] will gather requirements from the users about what is "needed" vs. "what they have" for enhancements and provide a high level document supporting their needs. 3. [Consultant] will meet with the team members through a series of meetings and help define the overall project plan to deliver a new and improved solution. Deliverables 1.1 Prioritized list of Current application issues/bugs that need to be resolved 1.2 Provide a resolution plan on the issues/bugs identified in the current application 1.3 Risk Assessment Document 2.1 Deliver a Requirements Document showing high-level [Client] needs for the new XXX application. · New feature functionality not in the application today · Existing functionality that will remain in the new functionality 2.2 Reporting Requirements Document 3.1 A Project Plan showing the deliverables and cost for the next (second) phase of this project. 3.2 A Statement of Work for the next (second) phase of this project. 3.3 An Estimate of any work that would need to follow the second phase.

This tiny machine, incorporating an ARM processor on a Broadcom BCM2835 multimedia chip, aims to put the fun back into learning computing. The public response has been overwhelmingly positive.Note that aim: "…to put the fun back". Education in Information Technology is in dire straits. It always has been, but seems to have deteriorated further still, even in the face of improved provision of equipment.In many countries, the government controls the curriculum. It predicted a shortage in office-based IT skills, and so geared the ICT curriculum toward mind-numbing training in word-processing and spreadsheet skills. Instead, the shortage has turned out to be in people with an engineering-mindset, who can solve problems with whatever technologies are available and learn new techniques quickly, in a rapidly-changing field.In retrospect, the assumption that specific training was required rather than an education was an idiotic response to the arrival of mainstream information technology. As a result, ICT became a disaster area, which discouraged a generation of youngsters from a career in IT, and thereby led directly to the shortage of people with the skills that are required to exploit the potential of Information Technology..Raspberry Pi aims to reverse the trend. This is a rig that is geared to fast graphics in high resolution. It is no toy. It should be a superb games machine. However, the use of Fedora, Debian, or Arch Linux ARM shows the more serious educational intent behind the Foundation's work. It looks like it will even do some office work too!So, get hold of any power supply that provides a 5VDC source at the required 700mA; an old Blackberry charger will do or, alternatively, it will run off four AA cells. You'll need a USB hub to support the mouse and keyboard, and maybe a hard drive. You'll want a DVI monitor (with audio out) or TV (sound and video). You'll also need to be able to cope with wired Ethernet 10/100, if you want networking.With this lot assembled, stick the paraphernalia on the back of the HDTV with Blu Tack, get a nice keyboard, and you have a classy Linux-based home computer. The major cost is in the T.V and the keyboard. If you're not already writing software for this platform, then maybe, at a time when some countries are talking of orders in the millions, you should consider it.

  • Interview with Koen Aben, Supply Chain Director of WE Fashion

    We recently spoke to Koen Aben, the Supply Chain Director of WE Fashion, who gave us some insight into how Oracle supported the international fashion retailer through the completion of a large scale integration project across its 340 European stores. Koen explains the reasoning behind the project which was to create a common retail foundation and to integrate and align working processes to drive insight and enable continued growth. It is always good to hear from someone of Koen’s experience who can articulate the benefits of partnering with the right company for such an extensive project as this. Koen explains that a crucial element of such a project is to unify business applications into a common platform, adding that for successful growth, retailers really need to achieve enterprise-wide alignment. At the start of the three year project, WE Fashion’s application platform was fragmented impacting the company’s ability to support sustained growth. In light of this, WE Fashion invested in its processes, systems, teams and partnerships to build the needed retail foundation. Now after successfully completing the project, the basis is in place to ensure that growth is unimpeded. In the video, Koen Aben highlights some of the factors necessary for the success of the project as: Having an understanding that the process of creating a growth platform for a company is a long journey Accepting that during a lengthy project such as this, there will be high and low points experienced within the project team and the business, but that the relationship with your partners is crucial to the success of the project. Having the correct team in place will prove to be the “lynch –pin” of any successful project Oracle supported Koen and his team in implementing this project, and is recognised for the role it played during this development in partnership with the company. On his experience with working with the Oracle team, Koen points out that in the critical situations, Oracle was there to ensure that the right people were in place whenever needed and this was key to ensuring the project’s success. Since Oracle is one of the few providers that can offer an enterprise-wide retail platform, our best practice approach is key to connecting interactions throughout the business to enable insight and optimise operations. This is a great example of a large scale international retail project, where the true success of its completion is reflected in how proud the company is about what has been achieved, and the fact that results are already being seen.

    WordPress is easily one, if not the most, popular blogging platforms on the web. With the release of WordPress 3.x, the potential for what you can do with this open source software is limitless. This technique intends to show you how to get your WordPress wielding the power of the future web, that being HTML 5. --- Ingredients WordPress 3.x Your favourite HTML 5 compliant browser (e.g. Internet Explorer 9) Directions Setup WordPress on your server or host. Note: You can setup a WordPress.com account, but you will require an paid add-on to really take advantage of this technique.Login to the administration panel. Login to the administration section of your blog, using your web browser.  On the left side of the page, click the Appearance heading. Then, click on Themes. At the top of the page, select the Install Themes tab. In the search box, type the “toolbox” and click search. In the search results, you should see an theme called Toolbox. Click the Install link in the Toolbox item. A dialog window should appear with a sample picture of what the theme looks like. Click on the Install Now button in the bottom right corner. Et voila! Once the installation is done, you are done and ready to bring your blog into the future of the web. Try previewing your blog in HTML 5 by clicking the preview link.   Now, you are probably thinking “Man…HTML 5 looks like junk”. To that, I respond: “HTML was never why your site looked good in the first place. It was the CSS.” Now you have an un-stylized theme that uses HTML 5 elements throughout your WordPress site. If you want to learn how to apply CSS to your WordPress blog, you should check out the WordPress codex that pretty much covers everything there is to cover about WordPress development. Now, remember how we noted earlier that your free WordPress.com account wouldn’t take advantage of this technique? That is because, as of the time of this writing, you needed to pay a fee to use custom CSS. Remember now, this only gives you the foundation to create your own HTML 5 WordPress site. There are some HTML 5 themes out there that already look good, and were built using this as the foundation and added some CSS 3 to really spice it up.     I know that it has been a long time since my last post, just though that I would update you my latest thoughts of Governance. I just recently completed an executive round table series on EA and Cloud in Singapore, Indonesia and Malaysia. The response was phenomenal. The key point of the session was that Enterprise is the key enabler of innovation - All companies want to drive to be market leaders, EA can lay the foundation for the path to deliver that at innovation. When it comes to innovation, I see two distinct types: (a) Passive innovation is where a company creates innovation thought increments improvement over time. A great example is when airlines went from paper tickets to electronic ticket. Next logical progression is to do the same with boarding passes. There are a lot of examples to choose from, thought the thing to keep in mind, is that passive innovation will only keep you in the lead, it won’t allow you to create new markets or jump from #3 to #1 in one go. For that we need another type of innovation. (b) Disruptive innovation is where you create market where none existed before. Thought very difficult to do and requires significant investment in research, product and software development and not least of all, visionary thinking and timing, if done correctly, can turn the world on it’s ear. A great example is Apple iTunes. Some might say that this is incremental innovation, but only in one aspect, the downloading of music. Other then that, it’s all disruptive innovation. Being able to buy a single song rather then the album fundamentally changed the way we get out music. Behind all of these types of innovation is Enterprise Architecture. EA creates the infrastructure foundation, then delivery systems and the end-user experience to deliver this innovation.
