• Prepping a conference

  I have had the chance to talk at many conferences these past few years, and came up with a way to prepare them which works really well for me. Most importantly, it would make it quite easy to overcome an emergency (for example if my laptop would suddenly lose data). The whole code as well as the slides and other documents are in the cloud. I also use source control for my demos, so that I always have the latest and the greatest, but also a history of changes I made to my demos. Finally I have a system of code snippets which works great, and I often had very positive remarks from the audience regarding that. Putting everything in the cloud The one thing I used to be the most scared of was a sudden crash of my laptop, and being unable to restore in time for a conference. Most conferences ask speakers to send slides a few days (or weeks…) in advance, but let's face it, we all have last minute changes to our talks and I always come in the conference with updated slides that I pass to the management team. The answer to that dilemma used to be working off memory sticks, and that worked not bad. However last year I started putting all the documents relating to a conference in a DropBox folder, and that works great too. Obviously DropBox works only if you have connectivity, so if I for instance update slides while on an international flight, I cannot save to the cloud. The obvious answer to that is to backup everything on a memory stick… but I have to admit, I have been trusting my luck and working off my laptop HD and then synching everything to the cloud after landing. Of course on some US national flights you get WiFi on board, so in that case it is even simpler :) Usually after the conference is done, I remove the files from DropBox and copy them to their "final destination". They are backed up from there to BackBlaze, the great online backup service I am using routinely (I currently have about 90GB of data in BackBlaze). Outlining the presentations I like to have a written outline of my presentations written somewhere. I keep it simple, just write the various sections of the presentation with timing. I guess it is a remnant of the time when I was a private pilot, and using checklists for flight preparation. For example: Demo about designability 15' (0:37) Switch to Blend Open MainPage.xaml Create a DataTemplate ... Here I can immediately see during the presentation if I am taking too much time for my demo (0:37 is where I need to be when I am done with this section of the presentation, and 15' is the time that this particular section takes). I keep these sections reasonable, I don't detail every step of the preparation. Typically I have one such section for every 10-15 minutes of my talks. Yes, I am timing my presentations. I keep adjusting these numbers when I rehearse, and this really helps to feel more confident during the presentations. This is especially important for presentations that are long, like my MIX11 demo which clocked at 57 minutes (I had a lot of stuff to show…). Such presentations are risky, because if anything goes wrong, you will have to cut stuff, so the answer to that is: Rehearse, rehearse and when you're done rehearsing, rehearse a little more. I also have a "Preparation" section where I outline what I need to do before a presentation. For instance: Preparation Reboot in VHD Make sure MSN and Twitter are not running. Open VS10 and load demo Open Blend and load demo Run the WP7 emulator ... I typically start preparing my laptop an hour before the talk, starting everything I need to start and then putting my laptop to sleep. Saving and printing the outline, Timing Printing is a real problem because it is really hard to find a printer at most conference venues, and also quite hard in hotels. To solve that, I simply write everything in OneNote (synched to the cloud, now you start to know what I like ;) and then I print it to a PDF (I use CutePDFWriter) that I save to my Kindle. During the presentation, I read the outline off the Kindle (I mostly just need a quick check to see how I am timing). For timing during the presentation, I use the free tool ChronoGPS on my Windows Phone 7, but of course any phone these days has a clock/chrono application. In some conferences, they even have timers that the presenters can see, but they tend to count down and I prefer to count up… so I just use my own :) Source control for demos For demos, I create a separate folder and use Mercurial as source control. Mercurial has the huge advantage (over SVN or TFS) to work offline too, so I can commit while on a plane, and all the history is saved. Then when I have connectivity I push everything to the cloud (I am using the fantastic Trunksapp.com for my private repositories). Here too the obvious downside is the risk of losing my last changes if my laptop crashes before I can push to the cloud, and here too the obvious answer would be to work from a memory stick… though I have to admit I didn't do that lately (except when I was writing Silverlight 4 Unleashed, where I was really paranoid…) And code snippets? I am one of these presenters who hates to type in front of an audience. I can type really fast (writing two books has this advantage, it really teaches you to touch type and be fast at it) but in the context of an audience, on a stage where it is often damn cold (an issue I had a lot in past conferences, air conditioning can freeze your fingers and make it really hard to type), it doesn't work as well. I don't know for you, but I really dislike seeing a presentation where the speaker uses the backspace key more often than others ;) To solve that, I like to have my code ready in snippets, and drag them to the screen. Then I can spend time explaining each code snippet, while highlighting portions of the code (always highlight what you talk about, the audience often doesn't even see the cursor and doesn't know where you are on the screen!) Over the years I have used various solutions for code snippets, and now I have one which works really well… if you take a few precautions! I use the Visual Studio Toolbox. Preparing the code snippets You can store code snippets in the Toolbox for anything, XAML, C# etc. I arrange the snippets in the order in which I need them, which is a great way to remember what comes next in the presentation. I also separate them by topic, to make it easier to find them, for example when I switch to the slides and then back to the code. Remember that no matter how experienced you are, you will feel more nervous on stage than while you are preparing, so any way to make it easier for you is going to be beneficial to the audience. To store a code snippet, I do the following: Open the final demo that you want to show to the audience in Visual Studio. In your code, select a snippet of code that you want to explain in particular. Make sure that the Visual Studio Toolbox is open (menu View, Toolbox or Ctrl-Alt-X). Drag the selected snippet from the code window to the toolbox. (if needed) drag the snippet to the correct location (for example between two other code snippets so that you can access it as you speak through the demo). Right click on the snippet and select Rename Item from the context menu. Select a meaningful name. For me I use the following conventions: If it is a method, I use the method's name. If it is not a whole method, I use a descriptive name. If it is the content of a method (i.e. the body only, without the method's signature), I use "-> MethodName". This reminds me during the presentation that this is only the body, and that I need to insert that into an existing signature. This is the case, for instance, when I use Visual Studio to automatically generate the members of an interface’s implementation; then I only need to insert my snippet inside the generated method body. Saving the snippets This is the most important!! It happened to me a few times that VS10 lost its settings. When that happens, the snippets are lost too! Yeah that really sucks, especially (as it happened once) when this is the case about an hour before a talk… Stress and sweat follows, not good conditions to start a talk in front of an audience believe me. Thankfully, saving snippets is really easy with the following steps: Select the menu Tools, Import and Export Settings. Select Export selected environment settings and press Next. Uncheck All Settings. Then expand General Settings and select Toolbox (only!). Press Next. Select your source control folder and save under a meaningful name (for instance Snippets.vssettings). Commit to source control and push to the cloud. By the way, this also has the advantage of applying source control to the snippets file (which is an XML file), so you get history for free on that file! Reimporting the snippets If VS loses its settings and you need to reimport the snippets, this can be done super easily and very fast. Make sure that the Toolbox is empty. When you import snippets, they are merged with existing ones, they do not replace the content of the Toolbox. Unless merging is really what you want, make sure that your Toolbox is clean before you import, it is really easier. Select the menu Tools, Import and Export Settings. Select Import selected environment settings and press Next. Select No, just import new settings and press Next. Press Browse and select the Snippets.vssettings file. Press Finish. Et voila, all your snippets appear again in the Toolbox. Whew, the worst was averted and you can start your demo without sweating! (I had to do that once literally 5 minutes before the start of a demo, while my laptop was already hooked to the projector, and it went just fine). What about special tools? When using special tools (for example beta versions of tools you have an early access to), or a special configuration of your laptop, things can get tricky because you cannot really be sure that you will get a laptop with the same tools and the same configuration at the conference. To solve that, I use the following precautions: I make my demos from a Virtual Hard Disk. The great John Papa made a very easy-to-follow web page where he explains how to create a VHD and install Win7 to it. This gives you the full power of your laptop (as fast as booting from the metal). For me, I have a basic configuration that I saved on a USB harddrive (Win7 plus drivers, basic settings for desktop, folder options, taskbar etc) and Visual Studio 2010 SP1 on it. When preparing, I start by copying this "basis VHD" to my laptop. I install additional tools and configurations. I save the VHD back to the USB harddrive in a different folder. This would allow me to reinstall my demo environment quite fast, for example in case of harddrive failure. Replace the harddrive, copy the VHD to it, configure the BCD and you can start. Unfortunately this only works if the laptop itself still works. In the worst case of total failure, my security is to back all the installers up: The installers I use are synched on all my laptops and backed up to BackBlaze. If the worst happens and my laptop is absolutely broken, I can download the installer from BackBlaze and install on another laptop. This of course takes some time, and if that happens 5 minutes before a presentation, well… I don't have an answer to that, except of course crossing my fingers. Still, all that gives me additional security. Conclusion Remember folks, talking to an audience, large or small, will make you nervous. Just ask Scott Hanselman :) The goal here is to create the best possible conditions for you, and to create an environment where everything is saved and easy to restore, where everything is well known and provides you with additional confidence. The cooler you feel before the presentation (and during ;)), the better your presentation will be. Here too, the goal is to provide the best user experience you can have, which in turn will make it more enjoyable for your audience! • XBRL US Conference Highlights

  Back in early November I had an opportunity to attend the XBRL US National Conference in Philadelphia.  At the event, XBRL US announced that Oracle had joined the initiative, so I had a chance to participate in a press conference and attend a number of sessions.  Oracle joined XBRL US so we can stay ahead of the standard and leverage it in our products, and to help drive awareness with customers and improve adoption of XBRL. There were roughly 250 attendees at the event, about half of which were vendors and consultants and the rest financial reporting staff from corporate filers.  Event sponsors included Ernst & Young, SWIFT and Fujitsu.  There were also a number of XBRL technology and service providers exhibiting at the conference.  On Monday Nov. 8th, the XBRL US Steering Committee meetings and Annual Members meeting and reception were held.  At the Annual Members meeting the big news was that current XBRL US President, Mark Bolgiano, is moving to a new position at Howard Hughes Medical Center.  Campbell Pryde, who had led the Taxonomy Development for XBRL US, is taking over as XBRL US President. Other items that were highlighted at the members meeting included: The US GAAP XBRL taxonomy is being used by over 1500 SEC filers and has now been handed over to the FASB to maintain and enhance 16 filer training events were held in 2010 XBRL Global Magazine was launched Corporate Actions proposal was submitted to the SEC with SWIFT in May XBRL Labs for iPhone, XBRL US Consistency Suite launched ISO 2022 Corporate Actions Alignment with XBRL achieved The XBRL Credit Rating taxonomy was accepted Tuesday Nov. 9th included Keynotes, General Sessions, Innovation Workshop for Governments and Securities Professionals, and an Opening Reception.  General sessions included: Lessons Learned from the SEC's rollout of XBRL.  More than 18,000 errors were identified in reviews of filings between June 2009 and September 2010.  Most of these related to negative values being used where they shouldn't have.  Also, the SEC feels there are too many taxonomy extensions being created - mostly in the Cash Flow Statements.  They emphasize using existing elements in the US GAAP taxonomy and advise filers not to  create extensions to improve the visual formatting of XBRL filings. Investors and XBRL - Setting the Standard for Data Quality.  In this panel discussion, the key learning was that CFA's, academics and the financial community are not using XBRL as expected.  The issues raised include the  accuracy and completeness of filings, number of taxonomy extensions, and limited number of tools available to help analyze XBRL data.  Another big issue that was raised is the lack of historic results in XBRL - most analysts need 10 quarters of historic data.  On the positive side, XBRL has the potential to eliminate re-keying of data and errors here and can improve analytic capabilities for financial analysts once more historic data is available and more companies are providing detailed tagging of their filings. A US Roadmap for XBRL Financial Reporting.  This was a panel discussion featuring Jeff Neumann(SEC), Campbell Pryde(XBRL US), and Louis Matherne(FASB).  Key points included the fact that XBRL is currently used by 1500 companies, with 8000 more companies coming in 2011.  XBRL for Mutual Fund Reporting will start in 2011 for 8000 funds, and a Credit Rating Taxonomy has now been submitted for review.  The XBRL tagging/filing process is improving each quarter - more education is helping here.  The FASB is looking at extensions to date, and potential additions to US GAAP taxonomy, while the SEC is evaluating filings for accuracy, consistency in tagging, and tools for analyzing data.  The big news is that the FASB 2011 US GAAP Taxonomy has been completed and reviewed by SEC.  The 2011 US GAAP Taxonomy supports new FASB accounting standards issued since 2009, has new taxonomy elements for certain industries (i.e airlines) and the elimination of 500 concepts.  (meaning they can't be used going forward but are still supported for historical comparison)  The 2011 US GAAP Taxonomy will be available for usage with Q2 2011 SEC filings.  More information about this can be found on the FASB web site.  http://www.fasb.org/home Accounting Firms and XBRL.  This session covered the Role of Audit Firms, which includes awareness and education, validation of XBRL filings, and in-house transition planning.  The main advice provided was that organizations should document XBRL mapping process, perform peer comparisons, and risk assessments on a regular basis. Wednesday Nov. 10th included more Keynotes, General Sessions on Corporate Actions, and XBRL Essentials Workshop Training for corporate filers.  The XBRL Essentials Training included: Getting Started Once you Have the Basics Detailed Footnote Tagging and Handling Tables Quality Control and Trust in the XBRL Process Bringing XBRL In-House:  What are the Options, What should you consider? The US GAAP Financial Reporting Taxonomy - Overview of the 2011 release The XBRL Essentials Training was well-attended with about 80 people.  This included a good overview of the SEC's XBRL mandate, limited liability issue, tagging levels, recommended planning process, internal vs. outsourced approach, and how to manage service providers.  I learned a lot from the session on detailed tagging.  This is the requirement that kicks in during a company's second year of XBRL filing with the SEC and applies to financial statements, footnotes and disclosures (it does not apply to MD&A, executive communications and other information).  The review of the Linkbase model, or dimensional table structure, was very interesting and can be complex to understand.  The key takeaway here is that using dimensional tables in XBRL filings can help limit the number of taxonomy extensions that are required.  The slides from this session are posted on the XBRL US web site.   Oracle Flashback Technologies - IntroductionIn his May 29th 2014 blog, my colleague Joe Meeks introduced Oracle Maximum Availability Architecture (MAA) and discussed both planned and unplanned outages. Let’s take a closer look at unplanned outages. These can be caused by physical failures (e.g., server, storage, network, file deletion, physical corruption, site failures) or by logical failures – cases where all components and files are physically available, but data is incorrect or corrupt. These logical failures are usually caused by human errors or application logic errors. This blog series focuses on these logical errors – what causes them and how to address and recover from them using Oracle Database Flashback. In this introductory blog post, I’ll provide an overview of the Oracle Database Flashback technologies and will discuss the features in detail in future blog posts. Let’s get started. Performed a batch update that went wrong - due to logical errors in the code !! Dropped a table !! How do DBAs typically recover from these types of errors? First, data needs to be restored and recovered to the point-in-time when the error occurred (incomplete or point-in-time recovery).  Moreover, depending on the type of fault, it’s possible that some services – or even the entire database – would have to be taken down during the recovery process.Apart from error conditions, there are other questions that need to be addressed as part of the investigation. For example, what did the data look like in the morning, prior to the error? What were the various changes to the row(s) between two timestamps? Who performed the transaction and how can it be reversed?  Oracle Database includes built-in Flashback technologies, with features that address these challenges and questions, and enable you to perform faster, easier, and convenient recovery from logical corruptions. HistoryFlashback Query, the first Flashback Technology, was introduced in Oracle 9i. It provides a simple, powerful and completely non-disruptive mechanism for data verification and recovery from logical errors, and enables users to view the state of data at a previous point in time.Flashback Technologies were further enhanced in Oracle 10g, to provide fast, easy recovery at the database, table, row, and even at a transaction level.Oracle Database 11g introduced an innovative method to manage and query long-term historical data with Flashback Data Archive. The 11g release also introduced Flashback Transaction, which provides an easy, one-step operation to back out a transaction. Oracle Database versions 11.2.0.2 and beyond further enhanced the performance of these features. Note that all the features listed here work without requiring any kind of restore operation.In addition, Flashback features are fully supported with the new multi-tenant capabilities introduced with Oracle Database 12c, Flashback Features Oracle Flashback Database enables point-in-time-recovery of the entire database without requiring a traditional restore and recovery operation. It rewinds the entire database to a specified point in time in the past by undoing all the changes that were made since that time.Oracle Flashback Table enables an entire table or a set of tables to be recovered to a point in time in the past.Oracle Flashback Drop enables accidentally dropped tables and all dependent objects to be restored.Oracle Flashback Query enables data to be viewed at a point-in-time in the past. This feature can be used to view and reconstruct data that was lost due to unintentional change(s) or deletion(s). This feature can also be used to build self-service error correction into applications, empowering end-users to undo and correct their errors.Oracle Flashback Version Query offers the ability to query the historical changes to data between two points in time or system change numbers (SCN) Oracle Flashback Transaction Query enables changes to be examined at the transaction level. This capability can be used to diagnose problems, perform analysis, audit transactions, and even revert the transaction by undoing SQLOracle Flashback Transaction is a procedure used to back-out a transaction and its dependent transactions.Flashback technologies eliminate the need for a traditional restore and recovery process to fix logical corruptions or make enquiries. Using these technologies, you can recover from the error in the same amount of time it took to generate the error. All the Flashback features can be accessed either via SQL command line (or) via Enterprise Manager.  Most of the Flashback technologies depend on the available UNDO to retrieve older data. The following table describes the various Flashback technologies: their purpose, dependencies and situations where each individual technology can be used.   Example Syntax Error investigation related:The purpose is to investigate what went wrong and what the values were at certain points in timeFlashback Queries  ( select .. as of SCN | Timestamp )   - Helps to see the value of a row/set of rows at a point in timeFlashback Version Queries  ( select .. versions between SCN | Timestamp and SCN | Timestamp)  - Helps determine how the value evolved between certain SCNs or between timestamps Flashback Transaction Queries (select .. XID=)   - Helps to understand how the transaction caused the changes.Error correction related:The purpose is to fix the error and correct the problems,Flashback Table  (flashback table .. to SCN | Timestamp)  - To rewind the table to a particular timestamp or SCN to reverse unwanted updates Flashback Drop (flashback table ..  to before drop )  - To undrop or undelete a table Flashback Database (flashback database to SCN  | Restore Point )  - This is the rewind button for Oracle databases. You can revert the entire database to a particular point in time. It is a fast way to perform a PITR (point-in-time recovery). Flashback Transaction (DBMS_FLASHBACK.TRANSACTION_BACKOUT(XID..))  - To reverse a transaction and its related transactions Advanced use cases Flashback technology is integrated into Oracle Recovery Manager (RMAN) and Oracle Data Guard. So, apart from the basic use cases mentioned above, the following use cases are addressed using Oracle Flashback. Block Media recovery by RMAN - to perform block level recovery Snapshot Standby - where the standby is temporarily converted to a read/write environment for testing, backup, or migration purposes Re-instate old primary in a Data Guard environment – this avoids the need to restore an old backup and perform a recovery to make it a new standby. Guaranteed Restore Points - to bring back the entire database to an older point-in-time in a guaranteed way. and so on..I hope this introductory overview helps you understand how Flashback features can be used to investigate and recover from logical errors.  As mentioned earlier, I will take a deeper-dive into to some of the critical Flashback features in my upcoming blogs and address common use cases.

• Oracle Tutor: Top 10 to Implement Sustainable Policies and Procedures

  Overview Your organization (executives, managers, and employees) understands the value of having written business process documents (process maps, procedures, instructions, reference documents, and form abstracts). Policies and procedures should be documented because they help to reduce the range of individual decisions and encourage management by exception: the manager only needs to give special attention to unusual problems, not covered by a specific policy or procedure. As more and more procedures are written to cover recurring situations, managers will begin to make decisions which will be consistent from one functional area to the next.Companies should take a project management approach when implementing an environment for a sustainable documentation program and do the following:1. Identify an Executive Champion2. Put together a winning team3. Assign ownership4. Centralize publishing5. Establish the Document Maintenance Process Up Front6. Document critical activities only7. Document actual practice8. Minimize documentation9. Support continuous improvement10. Keep it simple 1. Identify an Executive ChampionAppoint a top down driver. Select one key individual to be a mentor for the procedure planning team. The individual should be a senior manager, such as your company president, CIO, CFO, the vice-president of quality, manufacturing, or engineering. Written policies and procedures can be important supportive aids when known to express the thinking for the chief executive officer and / or the president and to have his or her full support. 2. Put Together a Winning TeamChoose a strong Project Management Leader and staff the procedure planning team with management members from cross functional groups. Make sure team members have the responsibility - and the authority - to make things happen.The winning team should consist of the Documentation Project Manager, Document Owners (one for each functional area), a Document Controller, and Document Specialists (as needed). The Tutor Implementation Guide has complete job descriptions for these roles. 3. Assign Ownership It is virtually impossible to keep process documentation simple and meaningful if employees who are far removed from the activity itself create it. It is impossible to keep documentation up-to-date when responsibility for the document is not clearly understood.Key to the Tutor methodology, therefore, is the concept of ownership. Each document has a single owner, who is responsible for ensuring that the document is necessary and that it reflects actual practice. The owner must be a person who is knowledgeable about the activity and who has the authority to build consensus among the persons who participate in the activity as well as the authority to define or change the way an activity is performed. The owner must be an advocate of the performers and negotiate, not dictate practices.In the Tutor environment, a document's owner is the only person with the authority to approve an update to that document. 4. Centralize Publishing Although it is tempting (especially in a networked environment and with document management software solutions) to decentralize the control of all documents -- with each owner updating and distributing his own -- Tutor promotes centralized publishing by assigning the Document Administrator (gate keeper) to manage the updates and distribution of the procedures library. 5. Establish a Document Maintenance Process Up Front (and stick to it) Everyone in your organization should know they are invited to suggest changes to procedures and should understand exactly what steps to take to do so. Tutor provides a set of procedures to help your company set up a healthy document control system. There are many document management products available to automate some of the document change and maintenance steps. Depending on the size of your organization, a simple document management system can reduce the effort it takes to track and distribute document changes and updates. Whether your company decides to store the written policies and procedures on a file server or in a database, the essential tasks for maintaining documents are the same, though some tasks are automated. 6. Document Critical Activities Only The best way to keep your documentation simple is to reduce the number of process documents to a bare minimum and to include in those documents only as much detail as is absolutely necessary. The first step to reducing process documentation is to document only those activities that are deemed critical. Not all activities require documentation. In fact, some critical activities cannot and should not be standardized. Others may be sufficiently documented with an instruction or a checklist and may not require a procedure. A document should only be created when it enhances the performance of the employee performing the activity. If it does not help the employee, then there is no reason to maintain the document. Activities that represent little risk (such as project status), activities that cannot be defined in terms of specific tasks (such as product research), and activities that can be performed in a variety of ways (such as advertising) often do not require documentation. Sometimes, an activity will evolve to the point where documentation is necessary. For example, an activity performed by single employee may be straightforward and uncomplicated -- that is, until the activity is performed by multiple employees. Sometimes, it is the interaction between co-workers that necessitates documentation; sometimes, it is the complexity or the diversity of the activity.7. Document Actual Practices The only reason to maintain process documentation is to enhance the performance of the employee performing the activity. And documentation can only enhance performance if it reflects reality -- that is, current best practice. Documentation that reflects an unattainable ideal or outdated practices will end up on the shelf, unused and forgotten.Documenting actual practice means (1) auditing the activity to understand how the work is really performed, (2) identifying best practices with employees who are involved in the activity, (3) building consensus so that everyone agrees on a common method, and (4) recording that consensus.8. Minimize Documentation One way to keep it simple is to document at the highest level possible. That is, include in your documents only as much detail as is absolutely necessary.When writing a document, you should ask yourself, What is the purpose of this document? That is, what problem will it solve?By focusing on this question, you can target the critical information.• What questions are the end users likely to have?• What level of detail is required?• Is any of this information extraneous to the document's purpose? Short, concise documents are user friendly and they are easier to keep up to date. 9. Support Continuous Improvement Employees who perform an activity are often in the best position to identify improvements to the process. In other words, continuous improvement is a natural byproduct of the work itself -- but only if the improvements are communicated to all employees who are involved in the process, and only if there is consensus among those employees.Traditionally, process documentation has been used to dictate performance, to limit employees' actions. In the Tutor environment, process documents are used to communicate improvements identified by employees. How does this work? The Tutor methodology requires a process document to reflect actual practice, so the owner of a document must routinely audit its content -- does the document match what the employees are doing? If it doesn't, the owner has the responsibility to evaluate the process, to build consensus among the employees, to identify "best practices," and to communicate these improvements via a document update. Continuous improvement can also be an outgrowth of corrective action -- but only if the solutions to problems are communicated effectively. The goal should be to solve a problem once and only once, which means not only identifying the solution, but ensuring that the solution becomes part of the process. The Tutor system provides the method through which improvements and solutions are documented and communicated to all affected employees in a cost-effective, timely manner; it ensures that improvements are not lost or confined to a single employee. 10. Keep it Simple Process documents don't have to be complex and unfriendly. In fact, the simpler the format and organization, the more likely the documents will be used. And the simpler the method of maintenance, the more likely the documents will be kept up-to-date. Keep it simply by:• Minimizing skills and training required• Following the established Tutor document format and layout• Avoiding technology just for technology's sake No other rule has as major an impact on the success of your internal documentation as -- keep it simple. • More Great Improvements to the Windows Azure Management Portal

  Over the last 3 weeks we’ve released a number of enhancements to the new Windows Azure Management Portal.  These new capabilities include: Localization Support for 6 languages Operation Log Support Support for SQL Database Metrics Virtual Machine Enhancements (quick create Windows + Linux VMs) Web Site Enhancements (support for creating sites in all regions, private github repo deployment) Cloud Service Improvements (deploy from storage account, configuration support of dedicated cache) Media Service Enhancements (upload, encode, publish, stream all from within the portal) Virtual Networking Usability Enhancements Custom CNAME support with Storage Accounts All of these improvements are now live in production and available to start using immediately.  Below are more details on them: Localization Support The Windows Azure Portal now supports 6 languages – English, German, Spanish, French, Italian and Japanese. You can easily switch between languages by clicking on the Avatar bar on the top right corner of the Portal: Selecting a different language will automatically refresh the UI within the portal in the selected language: Operation Log Support The Windows Azure Portal now supports the ability for administrators to review the “operation logs” of the services they manage – making it easy to see exactly what management operations were performed on them.  You can query for these by selecting the “Settings” tab within the Portal and then choosing the “Operation Logs” tab within it.  This displays a filter UI that enables you to query for operations by date and time: As of the most recent release we now show logs for all operations performed on Cloud Services and Storage Accounts.  You can click on any operation in the list and click the “Details” button in the command bar to retrieve detailed status about it.  This now makes it possible to retrieve details about every management operation performed. In future updates you’ll see us extend the operation log capability to apply to all Windows Azure Services – which will enable great post-mortem and audit support. Support for SQL Database Metrics You can now monitor the number of successful connections, failed connections and deadlocks in your SQL databases using the new “Dashboard” view provided on each SQL Database resource: Additionally, if the database is added as a “linked resource” to a Web Site or Cloud Service, monitoring metrics for the linked SQL database are shown along with the Web Site or Cloud Service metrics in the dashboard. This helps with viewing and managing aggregated information across both resources in your application. Enhancements to Virtual Machines The most recent Windows Azure Portal release brings with it some nice usability improvements to Virtual Machines: Integrated Quick Create experience for Windows and Linux VMs Creating a new Windows or Linux VM is now easy using the new “Quick Create” experience in the Portal: In addition to Windows VM templates you can also now select Linux image templates in the quick create UI: This makes it incredibly easy to create a new Virtual Machine in only a few seconds. Enhancements to Web Sites Prior to this past month’s release, users were forced to choose a single geographical region when creating their first site.  After that, subsequent sites could only be created in that same region.  This restriction has now been removed, and you can now create sites in any region at any time and have up to 10 free sites in each supported region: One of the new regions we’ve recently opened up is the “East Asia” region.  This allows you to now deploy sites to North America, Europe and Asia simultaneously.  Private GitHub Repository Support This past week we also enabled Git based continuous deployment support for Web Sites from private GitHub and BitBucket repositories (previous to this you could only enable this with public repositories).  Enhancements to Cloud Services Experience The most recent Windows Azure Portal release brings with it some nice usability improvements to Cloud Services: Deploy a Cloud Service from a Windows Azure Storage Account The Windows Azure Portal now supports deploying an application package and configuration file stored in a blob container in Windows Azure Storage. The ability to upload an application package from storage is available when you custom create, or upload to, or update a cloud service deployment. To upload an application package and configuration, create a Cloud Service, then select the file upload dialog, and choose to upload from a Windows Azure Storage Account: To upload an application package from storage, click the “FROM STORAGE” button and select the application package and configuration file to use from the new blob storage explorer in the portal. Configure Windows Azure Caching in a caching enabled cloud service If you have deployed the new dedicated cache within a cloud service role, you can also now configure the cache settings in the portal by navigating to the configuration tab of for your Cloud Service deployment. The configuration experience is similar to the one in Visual Studio when you create a cloud service and add a caching role.  The portal now allows you to add or remove named caches and change the settings for the named caches – all from within the Portal and without needing to redeploy your application. Enhancements to Media Services You can now upload, encode, publish, and play your video content directly from within the Windows Azure Portal.  This makes it incredibly easy to get started with Windows Azure Media Services and perform common tasks without having to write any code. Simply navigate to your media service and then click on the “Content” tab.  All of the media content within your media service account will be listed here: Clicking the “upload” button within the portal now allows you to upload a media file directly from your computer: This will cause the video file you chose from your local file-system to be uploaded into Windows Azure.  Once uploaded, you can select the file within the content tab of the Portal and click the “Encode” button to transcode it into different streaming formats: The portal includes a number of pre-set encoding formats that you can easily convert media content into: Once you select an encoding and click the ok button, Windows Azure Media Services will kick off an encoding job that will happen in the cloud (no need for you to stand-up or configure a custom encoding server).  When it’s finished, you can select the video in the “Content” tab and then click PUBLISH in the command bar to setup an origin streaming end-point to it: Once the media file is published you can point apps against the public URL and play the content using Windows Azure Media Services – no need to setup or run your own streaming server.  You can also now select the file and click the “Play” button in the command bar to play it using the streaming endpoint directly within the Portal: This makes it incredibly easy to try out and use Windows Azure Media Services and test out an end-to-end workflow without having to write any code.  Once you test things out you can of course automate it using script or code – providing you with an incredibly powerful Cloud Media platform that you can use. Enhancements to Virtual Network Experience Over the last few months, we have received feedback on the complexity of the Virtual Network creation experience. With these most recent Portal updates, we have added a Quick Create experience that makes the creation experience very simple. All that an administrator now needs to do is to provide a VNET name, choose an address space and the size of the VNET address space. They no longer need to understand the intricacies of the CIDR format or walk through a 4-page wizard or create a VNET / subnet. This makes creating virtual networks really simple: The portal also now has a “Register DNS Server” task that makes it easy to register DNS servers and associate them with a virtual network. Enhancements to Storage Experience The portal now lets you register custom domain names for your Windows Azure Storage Accounts.  To enable this, select a storage resource and then go to the CONFIGURE tab for a storage account, and then click MANAGE DOMAIN on the command bar: Clicking “Manage Domain” will bring up a dialog that allows you to register any CNAME you want: Summary The above features are all now live in production and available to use immediately.  If you don’t already have a Windows Azure account, you can sign-up for a free trial and start using them today.  Visit the Windows Azure Developer Center to learn more about how to build apps with it. • Windows Azure: Major Updates for Mobile Backend Development

  This week we released some great updates to Windows Azure that make it significantly easier to develop mobile applications that use the cloud. These new capabilities include: Mobile Services: Custom API support Mobile Services: Git Source Control support Mobile Services: Node.js NPM Module support Mobile Services: A .NET API via NuGet Mobile Services and Web Sites: Free 20MB SQL Database Option for Mobile Services and Web Sites Mobile Notification Hubs: Android Broadcast Push Notification Support All of these improvements are now available to use immediately (note: some are still in preview).  Below are more details about them. Mobile Services: Custom APIs, Git Source Control, and NuGet Windows Azure Mobile Services provides the ability to easily stand up a mobile backend that can be used to support your Windows 8, Windows Phone, iOS, Android and HTML5 client applications.  Starting with the first preview we supported the ability to easily extend your data backend logic with server side scripting that executes as part of client-side CRUD operations against your cloud back data tables. With today’s update we are extending this support even further and introducing the ability for you to also create and expose Custom APIs from your Mobile Service backend, and easily publish them to your Mobile clients without having to associate them with a data table. This capability enables a whole set of new scenarios – including the ability to work with data sources other than SQL Databases (for example: Table Services or MongoDB), broker calls to 3rd party APIs, integrate with Windows Azure Queues or Service Bus, work with custom non-JSON payloads (e.g. Windows Periodic Notifications), route client requests to services back on-premises (e.g. with the new Windows Azure BizTalk Services), or simply implement functionality that doesn’t correspond to a database operation.  The custom APIs can be written in server-side JavaScript (using Node.js) and can use Node’s NPM packages.  We will also be adding support for custom APIs written using .NET in the future as well. Creating a Custom API Adding a custom API to an existing Mobile Service is super easy.  Using the Windows Azure Management Portal you can now simply click the new “API” tab with your Mobile Service, and then click the “Create a Custom API” button to create a new Custom API within it: Give the API whatever name you want to expose, and then choose the security permissions you’d like to apply to the HTTP methods you expose within it.  You can easily lock down the HTTP verbs to your Custom API to be available to anyone, only those who have a valid application key, only authenticated users, or administrators.  Mobile Services will then enforce these permissions without you having to write any code: When you click the ok button you’ll see the new API show up in the API list.  Selecting it will enable you to edit the default script that contains some placeholder functionality: Today’s release enables Custom APIs to be written using Node.js (we will support writing Custom APIs in .NET as well in a future release), and the Custom API programming model follows the Node.js convention for modules, which is to export functions to handle HTTP requests. The default script above exposes functionality for an HTTP POST request. To support a GET, simply change the export statement accordingly.  Below is an example of some code for reading and returning data from Windows Azure Table Storage using the Azure Node API: After saving the changes, you can now call this API from any Mobile Service client application (including Windows 8, Windows Phone, iOS, Android or HTML5 with CORS). Below is the code for how you could invoke the API asynchronously from a Windows Store application using .NET and the new InvokeApiAsync method, and data-bind the results to control within your XAML:     private async void RefreshTodoItems() {         var results = await App.MobileService.InvokeApiAsync<List<TodoItem>>("todos", HttpMethod.Get, parameters: null);         ListItems.ItemsSource = new ObservableCollection<TodoItem>(results);     }    Integrating authentication and authorization with Custom APIs is really easy with Mobile Services. Just like with data requests, custom API requests enjoy the same built-in authentication and authorization support of Mobile Services (including integration with Microsoft ID, Google, Facebook and Twitter authentication providers), and it also enables you to easily integrate your Custom API code with other Mobile Service capabilities like push notifications, logging, SQL, etc. Check out our new tutorials to learn more about to use new Custom API support, and starting adding them to your app today. Mobile Services: Git Source Control Support Today’s Mobile Services update also enables source control integration with Git.  The new source control support provides a Git repository as part your Mobile Service, and it includes all of your existing Mobile Service scripts and permissions. You can clone that git repository on your local machine, make changes to any of your scripts, and then easily deploy the mobile service to production using Git. This enables a really great developer workflow that works on any developer machine (Windows, Mac and Linux). To use the new support, navigate to the dashboard for your mobile service and select the Set up source control link: If this is your first time enabling Git within Windows Azure, you will be prompted to enter the credentials you want to use to access the repository: Once you configure this, you can switch to the configure tab of your Mobile Service and you will see a Git URL you can use to use your repository: You can use this URL to clone the repository locally from your favorite command line: > git clone https://scottgutodo.scm.azure-mobile.net/ScottGuToDo.git Below is the directory structure of the repository: As you can see, the repository contains a service folder with several subfolders. Custom API scripts and associated permissions appear under the api folder as .js and .json files respectively (the .json files persist a JSON representation of the security settings for your endpoints). Similarly, table scripts and table permissions appear as .js and .json files, but since table scripts are separate per CRUD operation, they follow the naming convention of <tablename>.<operationname>.js. Finally, scheduled job scripts appear in the scheduler folder, and the shared folder is provided as a convenient location for you to store code shared by multiple scripts and a few miscellaneous things such as the APNS feedback script. Lets modify the table script todos.js file so that we have slightly better error handling when an exception occurs when we query our Table service: todos.js tableService.queryEntities(query, function(error, todoItems){     if (error) {         console.error("Error querying table: " + error);         response.send(500);     } else {         response.send(200, todoItems);     }        }); Save these changes, and now back in the command line prompt commit the changes and push them to the Mobile Services: > git add . > git commit –m "better error handling in todos.js" > git push Once deployment of the changes is complete, they will take effect immediately, and you will also see the changes be reflected in the portal: With the new Source Control feature, we’re making it really easy for you to edit your mobile service locally and push changes in an atomic fashion without sacrificing ease of use in the Windows Azure Portal. Mobile Services: NPM Module Support The new Mobile Services source control support also allows you to add any Node.js module you need in the scripts beyond the fixed set provided by Mobile Services. For example, you can easily switch to use Mongo instead of Windows Azure table in our example above. Set up Mongo DB by either purchasing a MongoLab subscription (which provides MongoDB as a Service) via the Windows Azure Store or set it up yourself on a Virtual Machine (either Windows or Linux). Then go the service folder of your local git repository and run the following command: > npm install mongoose This will add the Mongoose module to your Mobile Service scripts.  After that you can use and reference the Mongoose module in your custom API scripts to access your Mongo database: var mongoose = require('mongoose'); var schema = mongoose.Schema({ text: String, completed: Boolean });   exports.get = function (request, response) {     mongoose.connect('<your Mongo connection string> ');     TodoItemModel = mongoose.model('todoitem', schema);     TodoItemModel.find(function (err, items) {         if (err) {             console.log('error:' + err);             return response.send(500);         }         response.send(200, items);     }); }; Don’t forget to push your changes to your mobile service once you are done > git add . > git commit –m "Switched to use Mongo Labs" > git push Now our Mobile Service app is using Mongo DB! Note, with today’s update usage of custom Node.js modules is limited to Custom API scripts only. We will enable it in all scripts (including data and custom CRON tasks) shortly. New Mobile Services NuGet package, including .NET 4.5 support A few months ago we announced a new pre-release version of the Mobile Services client SDK based on portable class libraries (PCL). Today, we are excited to announce that this new library is now a stable .NET client SDK for mobile services and is no longer a pre-release package. Today’s update includes full support for Windows Store, Windows Phone 7.x, and .NET 4.5, which allows developers to use Mobile Services from ASP.NET or WPF applications. You can install and use this package today via NuGet. Mobile Services and Web Sites: Free 20MB Database for Mobile Services and Web Sites Starting today, every customer of Windows Azure gets one Free 20MB database to use for 12 months free (for both dev/test and production) with Web Sites and Mobile Services. When creating a Mobile Service or a Web Site, simply chose the new “Create a new Free 20MB database” option to take advantage of it: You can use this free SQL Database together with the 10 free Web Sites and 10 free Mobile Services you get with your Windows Azure subscription, or from any other Windows Azure VM or Cloud Service. Notification Hubs: Android Broadcast Push Notification Support Earlier this year, we introduced a new capability in Windows Azure for sending broadcast push notifications at high scale: Notification Hubs. In the initial preview of Notification Hubs you could use this support with both iOS and Windows devices.  Today we’re excited to announce new Notification Hubs support for sending push notifications to Android devices as well. Push notifications are a vital component of mobile applications.  They are critical not only in consumer apps, where they are used to increase app engagement and usage, but also in enterprise apps where up-to-date information increases employee responsiveness to business events.  You can use Notification Hubs to send push notifications to devices from any type of app (a Mobile Service, Web Site, Cloud Service or Virtual Machine). Notification Hubs provide you with the following capabilities: Cross-platform Push Notifications Support. Notification Hubs provide a common API to send push notifications to iOS, Android, or Windows Store at once.  Your app can send notifications in platform specific formats or in a platform-independent way.  Efficient Multicast. Notification Hubs are optimized to enable push notification broadcast to thousands or millions of devices with low latency.  Your server back-end can fire one message into a Notification Hub, and millions of push notifications can automatically be delivered to your users.  Devices and apps can specify a number of per-user tags when registering with a Notification Hub. • Suspend not working after kernel update on an HP Envy14 1050

  I just update ubuntu 12.04 to the kernel 3.2.0-30 and together with it a lot of packeges in the system. I am running it on an HP Envy14 1050. When I first made a fresh install of the clean ubuntu 12.04 I had the problem that when restoring from suspend the screen was black, although some backlight was there. I could fix it following this https://bugs.launchpad.net/ubuntu/+source/linux/+bug/989674/comments/20. Now, after the update the black screen after suspend has reappeared but with no backlight at all and the led in the caps lock key blinking. The laptop is using a ATI radeon 5600 with the privative drivers. During the update process there was an error with depmod . You can see the /var/log/dist-upgrade/apt-term.log file at the end. UPDATE: suspend is not working at all. The problem is not when restoring from suspend, but when I try to suspend the system it gets blocked and the fan running. Only option is to press power button. • DRY and SRP

  Originally posted on: http://geekswithblogs.net/TimothyK/archive/2014/06/11/dry-and-srp.aspxKent Beck’s XP Simplicity Rules (aka Four Rules of Simple Design) are a prioritized list of rules that when applied to your code generally yield a great design.  As you’ll see from the above link the list has slightly evolved over time.  I find today they are usually listed as: All Tests Pass Don’t Repeat Yourself (DRY) Express Intent Minimalistic These are prioritized.  If your code doesn’t work (rule 1) then everything else is forfeit.  Go back to rule one and get the code working before worrying about anything else. Over the years the community have debated whether the priority of rules 2 and 3 should be reversed.  Some say a little duplication in the code is OK as long as it helps express intent.  I’ve debated it myself.  This recent post got me thinking about this again, hence this post.   I don’t think it is fair to compare “Expressing Intent” against “DRY”.  This is a comparison of apples to oranges.  “Expressing Intent” is a principal of code quality.  “Repeating Yourself” is a code smell.  A code smell is merely an indicator that there might be something wrong with the code.  It takes further investigation to determine if a violation of an underlying principal of code quality has actually occurred. For example “using nouns for method names”, “using verbs for property names”, or “using Booleans for parameters” are all code smells that indicate that code probably isn’t doing a good job at expressing intent.  They are usually very good indicators.  But what principle is the code smell of Duplication pointing to and how good of an indicator is it? Duplication in the code base is bad for a couple reasons.  If you need to make a change and that needs to be made in a number of locations it is difficult to know if you have caught all of them.  This can lead to bugs if/when one of those locations is overlooked.  By refactoring the code to remove all duplication there will be left with only one place to change, thereby eliminating this problem. With most projects the code becomes the single source of truth for a project.  If a production code base is inconsistent with a five year old requirements or design document the production code that people are currently living with is usually declared as the current reality (or truth).  Requirement or design documents at this age in a project life cycle are usually of little value. Although comparing production code to external documentation is usually straight forward, duplication within the code base muddles this declaration of truth.  When code is duplicated small discrepancies will creep in between the two copies over time.  The question then becomes which copy is correct?  As different factions debate how the software should work, trust in the software and the team behind it erodes. The code smell of Duplication points to a violation of the “Single Source of Truth” principle.  Let me define that as: A stakeholder’s requirement for a software change should never cause more than one class to change. Violation of the Single Source of Truth principle will always result in duplication in the code.  However, the inverse is not always true.  Duplication in the code does not necessarily indicate that there is a violation of the Single Source of Truth principle. To illustrate this, let’s look at a retail system where the system will (1) send a transaction to a bank and (2) print a receipt for the customer.  Although these are two separate features of the system, they are closely related.  The reason for printing the receipt is usually to provide an audit trail back to the bank transaction.  Both features use the same data:  amount charged, account number, transaction date, customer name, retail store name, and etcetera.  Because both features use much of the same data, there is likely to be a lot of duplication between them.  This duplication can be removed by making both features use the same data access layer. Then start coming the divergent requirements.  The receipt stakeholder wants a change so that the account number has the last few digits masked out to protect the customer’s privacy.  That can be solve with a small IF statement whilst still eliminating all duplication in the system.  Then the bank wants to take a picture of the customer as well as capture their signature and/or PIN number for enhanced security.  Then the receipt owner wants to pull data from a completely different system to report the customer’s loyalty program point total. After a while you realize that the two stakeholders have somewhat similar, but ultimately different responsibilities.  They have their own reasons for pulling the data access layer in different directions.  Then it dawns on you, the Single Responsibility Principle: There should never be more than one reason for a class to change. In this example we have two stakeholders giving two separate reasons for the data access class to change.  It is clear violation of the Single Responsibility Principle.  That’s a problem because it can often lead the project owner pitting the two stakeholders against each other in a vein attempt to get them to work out a mutual single source of truth.  But that doesn’t exist.  There are two completely valid truths that the developers need to support.  How is this to be supported and honour the Single Responsibility Principle?  The solution is to duplicate the data access layer and let each stakeholder control their own copy. The Single Source of Truth and Single Responsibility Principles are very closely related.  SST tells you when to remove duplication; SRP tells you when to introduce it.  They may seem to be fighting each other, but really they are not.  The key is to clearly identify the different responsibilities (or sources of truth) over a system.  Sometimes there is a single person with that responsibility, other times there are many.  This can be especially difficult if the same person has dual responsibilities.  They might not even realize they are wearing multiple hats. In my opinion Single Source of Truth should be listed as the second rule of simple design with Express Intent at number three.  Investigation of the DRY code smell should yield to the proper application SST, without violating SRP.  When necessary leave duplication in the system and let the class names express the different people that are responsible for controlling them.  Knowing all the people with responsibilities over a system is the higher priority because you’ll need to know this before you can express it.  Although it may be a code smell when there is duplication in the code, it does not necessarily mean that the coder has chosen to be expressive over DRY or that the code is bad.

• 5 Best Practices - Laying the Foundation for WebCenter Projects

Maximizing success with Oracle WebCenter portal requires a strategic understanding of Oracle WebCenter capabilities.  The following best practices enable the creation of portal solutions with minimal resource overhead, while offering the greatest flexibility for progressive elaboration. They are inherently project agnostic, enabling a strong foundation for future growth and an expedient return on your investment in the platform.  If you are able to embrace even only a few of these practices, you will materially improve your deployment capability with WebCenter. 1. Segment Duties Around 3Cs - Content, Collaboration and Contextual Data "Agility" is one of the most common business benefits touted by modern web platforms.  It sounds good - who doesn't want to be Agile, right?  How exactly IT organizations go about supplying agility to their business counterparts often lacks definition - hamstrung by ambiguity. Ultimately, businesses want to benefit from reduced development time to deliver a solution to a particular constituent, which is augmented by as much self-service as possible to develop and manage the solution directly. All done in the absence of direct IT involvement. With Oracle WebCenter's depth in the areas of content management, pallet of native collaborative services, enterprise mashup capability and delegated administration, it is very possible to execute on this business vision at a technical level. To realize the benefits of the platform depth we can think of Oracle WebCenter's segmentation of duties along the lines of the 3 Cs - Content, Collaboration and Contextual Data.  All three of which can have their foundations developed by IT, then provisioned to the business on a per role basis. Content – Oracle WebCenter benefits from an extremely mature content repository.  Work flow, audit, notification, office integration and conversion capabilities for documents (HTML & PDF) make this a haven for business users to take control of content within external and internal portals, custom applications and web sites.  When deploying WebCenter portal take time to think of areas in which IT can provide the "harness" for content to reside, then allow the business to manage any content items within the site, using the content foundation to ensure compliance with business rules and process.  This frees IT to work on more mission critical challenges and allows the business to respond in short order to emerging market needs. Collaboration – Native collaborative services and WebCenter spaces are a perfect match for business users who are looking to enable document sharing, discussions and social networking.  The ability to deploy the services is granular and on the basis of roles scoped to given areas of the system - much like the first C “content”.  This enables business analysts to design the roles required and IT to provision with peace of mind that users leveraging the collaborative services are only able to do so in explicitly designated areas of a site. Bottom line - business will not need to wait for IT, but cannot go outside of the scope that has been defined based on their roles. Contextual Data – Collaborative capabilities are most powerful when included within the context of business data.  The ability to supply business users with decision shaping data that they can include in various parts of a portal or portals, just as they would with content items, is one of the most powerful aspects of Oracle WebCenter.  Imagine a discussion about new store selection for a retail chain that re-purposes existing information from business intelligence services about various potential locations and or custom backend systems - presenting it directly in the context of the discussion.  If there are some data sources that are preexisting in your enterprise take a look at how they can be made into discrete offerings within the portal, then scoped to given business user roles for inclusion within collaborative activities. 2. Think Generically, Execute Specifically Constructs.  Anyone who has spent much time around me knows that I am obsessed with this word.  Why? Because Constructs offer immense power - more than APIs, Web Services or other technical capability. Constructs offer organizations the ability to leverage a platform's native characteristics to offer substantial business functionality - without writing code.  This concept becomes more powerful with the additional understanding of the concepts from the platform that an organization learns over time.  Let's take a look at an example of where an Oracle WebCenter construct can substantially reduce the time to get a subscription-based site out the door and into the hands of the end consumer. Imagine a site that allows members to subscribe to specific disciplines to access information and application data around that various discipline.  A space is a collection of secured pages within Oracle WebCenter.  Spaces are not only secured, but also default content stored within it to be scoped automatically to that space. Taking this a step further, Oracle WebCenter’s Activity Stream surfaces events, discussions and other activities that are scoped to the given user on the basis of their space affiliations.  In order to have a portal that would allow users to "subscribe" to information around various disciplines - spaces could be used out of the box to achieve this capability and without using any APIs or low level technical work to achieve this. 3. Make Governance Work for You Imagine driving down the street without the painted lines on the road.  The rules of the road are so ingrained in our minds, we often do not think about the process, but seemingly mundane lane markers are critical enablers. Lane markers allow us to travel at speeds that would be impossible if not for the agreed upon direction of flow. Additionally and more importantly, it allows people to act autonomously - going where they please at any given time. The return on the investment for mobility is high enough for people to buy into globally agreed up governance processes. In Oracle WebCenter we can use similar enablers to lane markers.  Our goal should be to enable the flow of information and provide end users with the ability to arrive at business solutions as needed, not on the basis of cumbersome processes that cannot meet the business needs in a timely fashion. How do we do this? Just as with "Segmentation of Duties" Oracle WebCenter technologies offer the opportunity to compartmentalize various business initiatives from each other within the system due to constructs and security that are available to use within the platform. For instance, when a WebCenter space is created, any content added within that space by default will be secured to that particular space and inherits meta data that is associated with a folder created for the space. Oracle WebCenter content uses meta data to support a broad range of rich ECM functionality and can automatically impart retention, workflow and other policies automatically on the basis of what has been defaulted for that space. Depending on your business needs, this paradigm will also extend to sub sections of a space, offering some interesting possibilities to enable automated management around content. An example may be press releases within a particular area of an extranet that require a five year retention period and need to the reviewed by marketing and legal before release.  The underlying content system will transparently take care of this process on the basis of the above rules, enabling peace of mind over unstructured data - which could otherwise become overwhelming. 4. Make Your First Project Your Second Imagine if Michael Phelps was competing in a swimming championship, but told right before his race that he had to use a brand new stroke.  There is no doubt that Michael is an outstanding swimmer, but chances are that he would like to have some time to get acquainted with the new stroke. New technologies should not be treated any differently.  Before jumping into the deep end it helps to take time to get to know the new approach - even though you may have been swimming thousands of times before. To quickly get a handle on Oracle WebCenter capabilities it can be helpful to deploy a sandbox for the team to use to share project documents, discussions and announcements in an effort to help the actual deployment get under way, while increasing everyone’s knowledge of the platform and its functionality that may be helpful down the road. Oracle Technology Network has made a pre-configured virtual machine available for download that can be a great starting point for this exercise. 5. Get to Know the Community If you are reading this blog post you have most certainly faced a software decision or challenge that was solved on the basis of a small piece of missing critical information - which took substantial research to discover.  Chances were also good that somewhere, someone had already come across this information and would have been excited to share it. • Introduction to Human Workflow 11g

  Human Workflow is a component of SOA Suite just like BPEL, Mediator, Business Rules, etc. The Human Workflow component allows you to incorporate human intervention in a business process. You can use Human Workflow to create a business process that requires a manager to approve purchase orders greater than $10,000; or a business process that handles article reviews in which a group of reviewers need to vote/approve an article before it gets published. Human Workflow can handle the task assignment and routing as well as the generation of notifications to the participants. There are three common patterns or usages of Human Workflow: 1) Approval Scenarios: manage documents and other transactional data through approval chains . For example: approve expense report, vacation approval, hiring approval, etc. 2) Reviews by multiple users or groups: group collaboration and review of documents or proposals. For example, processing a sales quote which is subject to review by multiple people. 3) Case Management: workflows around work management or case management. For example, processing a service request. This could be routed to various people who all need to modify the task. It may also incorporate ad hoc routing which is unknown at design time. SOA 11g Human Workflow includes the following features: Assignment and routing of tasks to the correct users or groups. Deadlines, escalations, notifications, and other features required for ensuring the timely performance of a task. Presentation of tasks to end users through a variety of mechanisms, including a Worklist application. Organization, filtering, prioritization and other features required for end users to productively perform their tasks. Reports, reassignments, load balancing and other features required by supervisors and business owners to manage the performance of tasks. Human Workflow Architecture The Human Workflow component is divided into 3 modules: the service interface, the task definition and the client interface module. The Service Interface handles the interaction with BPEL and other components. The Client Interface handles the presentation of task data through clients like the Worklist application, portals and notification channels. The task definition module is in charge of managing the lifecycle of a task. Who should get the task assigned? What should happen next with the task? When must the task be completed? Should the task be escalated?, etc Stages and Participants When you create a Human Task you need to specify how the task is assigned and routed. The first step is to define the stages and participants. A stage is just a logical group. A participant can be a user, a group of users or an application role. The participants indicate the type of assignment and routing that will be performed. Stages can be sequential or in parallel. You can combine them to create any usage you require. See diagram below: Assignment and Routing There are different ways a task can be assigned and routed: Single Approver: task is assigned to a single user, group or role. For example, a vacation request is assigned to a manager. If the manager approves or rejects the request, the employee is notified with the decision. If the task is assigned to a group then once one of managers acts on it, the task is completed. Parallel : task is assigned to a set of people that must work in parallel. This is commonly used for voting. For example, a task gets approved once 50% of the participants approve it. You can also set it up to be a unanimous vote. Serial : participants must work in sequence. The most common scenario for this is management chain escalation. FYI (For Your Information) : task is assigned to participants who can view it, add comments and attachments, but can not modify or complete the task. Task Actions The following is the list of actions that can be performed on a task: Claim : if a task is assigned to a group or multiple users, then the task must be claimed first to be able to act on it. Escalate : if the participant is not able to complete a task, he/she can escalate it. The task is reassigned to his/her manager (up one level in a hierarchy). Pushback : the task is sent back to the previous assignee. Reassign :if the participant is a manager, he/she can delegate a task to his/her reports. Release : if a task is assigned to a group or multiple users, it can be released if the user who claimed the task cannot complete the task. Any of the other assignees can claim and complete the task. Request Information and Submit Information : use when the participant needs to supply more information or to request more information from the task creator or any of the previous assignees. Suspend and Resume :if a task is not relevant, it can be suspended. A suspension is indefinite. It does not expire until Resume is used to resume working on the task. Withdraw : if the creator of a task does not want to continue with it, for example, he wants to cancel a vacation request, he can withdraw the task. The business process determines what happens next. Renew : if a task is about to expire, the participant can renew it. The task expiration date is extended one week. Notifications Human Workflow provides a mechanism for sending notifications to participants to alert them of changes on a task. Notifications can be sent via email, telephone voice message, instant messaging (IM) or short message service (SMS). Notifications can be sent when the task status changes to any of the following: Assigned/renewed/delegated/reassigned/escalated Completed Error Expired Request Info Resume Suspended Added/Updated comments and/or attachments Updated Outcome Withdraw Other Actions (e.g. acquiring a task) Here is an example of an email notification: Worklist Application Oracle BPM Worklist application is the default user interface included in SOA Suite. It allows users to access and act on tasks that have been assigned to them. For example, from the Worklist application, a loan agent can review loan applications or a manager can approve employee vacation requests. Through the Worklist Application users can: Perform authorized actions on tasks, acquire and check out shared tasks, define personal to-do tasks and define subtasks. Filter tasks view based on various criteria. Work with standard work queues, such as high priority tasks, tasks due soon and so on. Work queues allow users to create a custom view to group a subset of tasks in the worklist, for example, high priority tasks, tasks due in 24 hours, expense approval tasks and more. Define custom work queues. Gain proxy access to part of another user's tasks. Define custom vacation rules and delegation rules. Enable group owners to define task dispatching rules for shared tasks. Collect a complete workflow history and audit trail. Use digital signatures for tasks. • Selling Federal Enterprise Architecture (EA)

  Selling Federal Enterprise Architecture A taxonomy of subject areas, from which to develop a prioritized marketing and communications plan to evangelize EA activities within and among US Federal Government organizations and constituents. Any and all feedback is appreciated, particularly in developing and extending this discussion as a tool for use – more information and details are also available. "Selling" the discipline of Enterprise Architecture (EA) in the Federal Government (particularly in non-DoD agencies) is difficult, notwithstanding the general availability and use of the Federal Enterprise Architecture Framework (FEAF) for some time now, and the relatively mature use of the reference models in the OMB Capital Planning and Investment (CPIC) cycles. EA in the Federal Government also tends to be a very esoteric and hard to decipher conversation – early apologies to those who agree to continue reading this somewhat lengthy article. Alignment to the FEAF and OMB compliance mandates is long underway across the Federal Departments and Agencies (and visible via tools like PortfolioStat and ITDashboard.gov – but there is still a gap between the top-down compliance directives and enablement programs, and the bottom-up awareness and effective use of EA for either IT investment management or actual mission effectiveness. "EA isn't getting deep enough penetration into programs, components, sub-agencies, etc.", verified a panelist at the most recent EA Government Conference in DC. Newer guidance from OMB may be especially difficult to handle, where bottom-up input can't be accurately aligned, analyzed and reported via standardized EA discipline at the Agency level – for example in addressing the new (for FY13) Exhibit 53D "Agency IT Reductions and Reinvestments" and the information required for "Cloud Computing Alternatives Evaluation" (supporting the new Exhibit 53C, "Agency Cloud Computing Portfolio"). Therefore, EA must be "sold" directly to the communities that matter, from a coordinated, proactive messaging perspective that takes BOTH the Program-level value drivers AND the broader Agency mission and IT maturity context into consideration. Selling EA means persuading others to take additional time and possibly assign additional resources, for a mix of direct and indirect benefits – many of which aren't likely to be realized in the short-term. This means there's probably little current, allocated budget to work with; ergo the challenge of trying to sell an "unfunded mandate". Also, the concept of "Enterprise" in large Departments like Homeland Security tends to cross all kinds of organizational boundaries – as Richard Spires recently indicated by commenting that "...organizational boundaries still trump functional similarities. Most people understand what we're trying to do internally, and at a high level they get it. The problem, of course, is when you get down to them and their system and the fact that you're going to be touching them...there's always that fear factor," Spires said. It is quite clear to the Federal IT Investment community that for EA to meet its objective, understandable, relevant value must be measured and reported using a repeatable method – as described by GAO's recent report "Enterprise Architecture Value Needs To Be Measured and Reported". What's not clear is the method or guidance to sell this value. In fact, the current GAO "Framework for Assessing and Improving Enterprise Architecture Management (Version 2.0)", a.k.a. the "EAMMF", does not include words like "sell", "persuade", "market", etc., except in reference ("within Core Element 19: Organization business owner and CXO representatives are actively engaged in architecture development") to a brief section in the CIO Council's 2001 "Practical Guide to Federal Enterprise Architecture", entitled "3.3.1. Develop an EA Marketing Strategy and Communications Plan." Furthermore, Core Element 19 of the EAMMF is advised to be applied in "Stage 3: Developing Initial EA Versions". This kind of EA sales campaign truly should start much earlier in the maturity progress, i.e. in Stages 0 or 1. So, what are the understandable, relevant benefits (or value) to sell, that can find an agreeable, participatory audience, and can pave the way towards success of a longer-term, funded set of EA mechanisms that can be methodically measured and reported? Pragmatic benefits from a useful EA that can help overcome the fear of change? And how should they be sold? Following is a brief taxonomy (it's a taxonomy, to help organize SME support) of benefit-related subjects that might make the most sense, in creating the messages and organizing an initial "engagement plan" for evangelizing EA "from within". An EA "Sales Taxonomy" of sorts. We're not boiling the ocean here; the subjects that are included are ones that currently appear to be urgently relevant to the current Federal IT Investment landscape. Note that successful dialogue in these topics is directly usable as input or guidance for actually developing early-stage, "Fit-for-Purpose" (a DoDAF term) Enterprise Architecture artifacts, as prescribed by common methods found in most EA methodologies, including FEAF, TOGAF, DoDAF and our own Oracle Enterprise Architecture Framework (OEAF). The taxonomy below is organized by (1) Target Community, (2) Benefit or Value, and (3) EA Program Facet - as in: "Let's talk to (1: Community Member) about how and why (3: EA Facet) the EA program can help with (2: Benefit/Value)". Once the initial discussion targets and subjects are approved (that can be measured and reported), a "marketing and communications plan" can be created. A working example follows the Taxonomy. Traceability might be from the IRM to the ARM (that identifies reusable services invoking the elastic storage), and then to the PRM with performance measures (such as % utilization of purchased storage allocation) included in the OMB Exhibits; and b. Schedule a meeting with the Program Owners, timed during their Acquisition Strategy meetings in response to the mandate, to use the "Consequence Model" for advising them to organize a rapid and relevant RFI solicitation for this cloud capability (regarding alternatives for sourcing elastic operational storage); and c. Schedule a series of short "Discovery" meetings with the system architecture leads (as agreed by the Program Owners), to further populate/validate the "As-Is" models and frame the "To Be" models (via scenarios), to better inform the RFI, obtain the best feedback from the vendor community, and provide potential value for and avoid impact to all other programs and systems. --end example -- Note that communications with the intended audience should take a page out of the standard "Search Engine Optimization" (SEO) playbook, using keywords and phrases relating to "value" and "outcome" vs. "compliance" and "output". Searches in email boxes, internal and external search engines for phrases like "cost avoidance strategies", "mission performance metrics" and "innovation funding" should yield messages and content from the EA team. This targeted, informed, practical sales approach should result in additional buy-in and participation, additional EA information contribution and model validation, development of more SMEs and quick "proof points" (with real-life testing) to bolster the case for EA. The proof point here is a successful, timely procurement that satisfies not only the external mandate and external oversight review, but also meets internal EA compliance/conformance goals and therefore is more transparently useful across the community. In short, if sold effectively, the EA will perform and be recognized. EA won’t therefore be used only for compliance, but also (according to a validated, stated purpose) to directly influence decisions and outcomes.
