  • Revenue Recognition: Performance Obligation Pass a Hurdle

    I met up with Seamus Moran, our resident accounting expert, to get his thoughts about the latest happenings with IFRS. Last week, on March 13,  the comment period on the FASB and IASB exposure draft “Revenue From Contracts with Customers” closed.  FASB and IASB have just over 20 comment letters – a very small number.  The implication is that that the exposure draft does reflect general acceptance, and therefore will be published as both a US and Internationally Generally Accepted Accounting Standard. At a recent conference call, FASB and IASB expected to complete their report to both Boards on the comments by early summer, complete their deliberation of the comments by the fall and draft the final standard text by late this year. It is assumed the concept of Performance Obligations would become US GAAP and IFRS in place of the existing standards.  They confirmed that all existing US GAAP and IFRS guidelines would be withdrawn, and that they were in dialogue with the SEC on withdrawing the SEC guidelines on the revenue issue as well.The open question is when will Performance Obligations become effective?  The Boards have said that they would like this Revenue Recognition standard and the the Lease Accounting standard to be effective at the same time because what isn’t either insurance, interest, or a lease is a revenue arrangement.  However, ascertaining what is generally acceptable in respect of Leases is proving a little elusive, and the Boards have recently diverged a little on the P&L side of the accounting (although both are in agreement that there will be no off-balance sheet leases).  It is therefore likely that the Lease standard might be delayed. One wonders if the Boards will  define effectivity of the Revenue standard independently of the Lease standard or if they will stick with their resolve to make them co-effective.  The Boards have also said that neither standard will be effective before June 2015.Here is the gist of the new Revenue Recognition principle and the steps to apply it:Recognize revenue to depict the transfer of goods or services in an amount that reflects the consideration expected to be entitled in exchange for those goods and services.Steps to apply the core principles: Identify the contract with the customer Identify the separate performance obligations Determine the transaction price Allocate the the transaction price Recognize Revenue when a performance obligation is satisfied

  • Restricting Access to Application(s) on Point of Sale system

    I have a customer with two point of sale systems, a few workstations and a Windows 2003 SBS Server. The point of sale systems are typically running QuickBooks Point of Sale and are logged in with a user who has restricted permissions / access (via Group Policy). Occasionally, one of the managers needs to be able to run a few additional applications -- including some accounting software. I have created an additional user for this manager, allowing them to login and access the accounting software. The problem is, it can be problematic to switch users on the system, as QuickBooks takes a few minutes to close (on POSUser) and then reopen (on ManagerUser). If customers are waiting, this slows things down drastically. Since the accounting software is stored on a network drive, it would be easiest if the manager could simply double click something, authenticate against the network drive / domain controller and then the program would launch. When they close the program, the session to the network drive would be lost and the program would no longer be accessible. Is there any easy way to do this? Both users are on a domain and the system is Windows 7. I just don't want to require the user to switch back and forth. In a worst case scenario, they forget to switch back and leave the accounting software wide open.

    After reading Paul Graham's essay Hackers and Painters and Joel Spolsky's Advice for Computer Science College Students, I think I've finally gotten it through my thick skull that I should not be loath to work hard in academic courses that aren't "programming" or "computer science" courses. To quote the former: I've found that the best sources of ideas are not the other fields that have the word "computer" in their names, but the other fields inhabited by makers. Painting has been a much richer source of ideas than the theory of computation. — Paul Graham, "Hackers and Painters" There are certainly other, much stronger reasons to work hard in the "boring" classes. However, it'd also be neat to know that these classes may someday inspire me in programming. My question is: what are some specific examples where ideas from literature, art, humanities, philosophy, and other fields made their way into programming? In particular, ideas that weren't obviously applied the way they were meant to (like most math and domain-specific knowledge), but instead gave utterance or inspiration to a program's design and choice of names. Good examples: The term endian comes from Gulliver's Travels by Tom Swift (see here), where it refers to the trivial matter of which side people crack open their eggs. The terms journal and transaction refer to nearly identical concepts in both filesystem design and double-entry bookkeeping (financial accounting). mkfs.ext2 even says: Writing superblocks and filesystem accounting information: done Off-topic: Learning to write English well is important, as it enables a programmer to document and evangelize his/her software, as well as appear competent to other programmers online. Trigonometry is used in 2D and 3D games to implement rotation and direction aspects. Knowing finance will come in handy if you want to write an accounting package. Knowing XYZ will come in handy if you want to write an XYZ package. Arguably on-topic: The Monad class in Haskell is based on a concept by the same name from category theory. Actually, Monads in Haskell are monads in the category of Haskell types and functions. Whatever that means...

  • US GAAP and IFRS Convergence May Be Delayed Even More

    Yesterday, on March 10, the Financial Accounting Standards Board (FASB) met to discuss the changes in financial statement presentation. Over the last six months, the FASB and IASB have been working feverishly to converge US GAAP and IFRS standards to meet the 2011 deadline. In March alone, the standards-setters met eight times. Many people fear that this accelerated pace is compromising the quality of the end product and that maybe they should slow down and do their due diligence. According to WG&L Accounting & Compliance Alert Checkpoint 3/10/2010, (which requires a subscription to view the full article) "Some statement preparers and investors who advise the FASB believe that the process would be better served if it was slowed down so that more attention could be paid to quality." "Should 2011 be looked at as a line in the sand?" asked Joan Amble, executive vice president and corporate comptroller for American Express Co. "We don't think that due process should be compromised for the due date," concurred Lewis Dulitz, vice president of accounting policies and research for medical products supplier Covidien plc. I personally have mixed emotions about this. On one hand, I have been growing impatient with how slow the US has jumped on the IFRS band wagon. On the other hand, being the conservative that I am and knowing this convergence will be costly and disruptive to businesses, I would prefer to be safe than sorry and get it right the first time.

  • NTFS Permission Structure to allow Traversal but no Modification except in Leaf Nodes?

    Assume there's this folder structure: D:\ --+-- Acctg --+-- Payable | +-- Receivable | +-- Fin --+-- Inv | +-- Tax | +-- Treas | +-- Mrktg --+-- Ads +-- Promo Users are not allowed to change the structure, but they are free to create & delete files & folders in the leaf nodes (i.e., the rightmost folders). AGDLP principle said that I should assign permissions on the above folders to DL-Groups. Let's say I have a G-Group of users, G-Accounting-Payable, containing users that have access to the D:\Acctg\Payable folder. The way I see it, I have two strategies: - Strategy 1 Create three DL-Groups and assign them permissions: DL-D-Acctg_T -- allowed traversal of D:\Acctg folder DL-D-Acctg-Pay_LF -- allowed listing of D:\Acctg\Payable folder contents DL-D-Acctg-Pay__RW -- allowed full permissions to the contents of D:\Acctg\Payable folder Add G-Accounting-Payable as member to all the above DL-Groups - Strategy 2 Create just one DL-Group DL-D-Acctg-Pay__RW, and assign it the proper permissions for each level of the folder. Then, add G-Accounting-Payable as member to that DL-Group. - Which strategy is the Recommended Best Practice, and why?

  • Build a user's profile directory on creation in batch

    I have a batch script that I use when I set up new Windows 7 PCs that creates a user based on a variable, creates a folder on their desktop, then shares it: @echo off SET /p unitnumber="Enter unit number: " net user unit%unitnumber% password /add /expire:never MD "C:/Users/unit%unitnumber%/Desktop/Accounting #%unitnumber%" runas /user:administrator "net share "Accounting#%unitnumber%"="C:/Users/unit%unitnumber%/Desktop/Accounting#%unitnumber"" I discovered that the share that is created is overwritten when the newly created user first logs on, because Windows creates builds their profile directory at that time. Is there any way to initiate a build of a user's profile directory in the batch file just after creating the it? The only thing that looks useful is the /homedir:pathname switch for the net user command, but I believe that option assumes the directory already exists. Other than that web research hasn't been fruitful. I'd be to use whatever to get this done as long as I can incorporate/launch it from the batch. Any suggestions?

  • N-Tier Architecture - Structure with multiple projects in VB.NET

    I would like some advice on the best approach to use in the following situation... I will have a Windows Application and a Web Application (presentation layers), these will both access a common business layer. The business layer will look at a configuration file to find the name of the dll (data layer) which it will create a reference to at runtime (is this the best approach?). The reason for creating the reference at runtime to the data access layer is because the application will interface with a different 3rd party accounting system depending on what the client is using. So I would have a separate data access layer to support each accounting system. These could be separate setup projects, each client would use one or the other, they wouldn't need to switch between the two. Projects: MyCompany.Common.dll - Contains interfaces, all other projects have a reference to this one.   • How to do a partial database backup and restore?

    Simple problem. I'm working on a single SQL Server database which is shared between several offices. Each office has their own schema inside this database, thus dividing the database in logical pieces. (Plus one schema that is shared between multiple offices.) The database is stored on a dedicated server and we use a single database to keep the backup/restore procedure easier. The problem, however, is that the Accounting Office might be modifying a lot of data and then the Secretary Office makes a mistake which requires restoration of a backup. Unfortunately, restoring the backup means that Accounting will lose their recently added data. So, the alternative solution is by restoring the backup into a new database, remove the data from the old accounting schema and move the data for accounting only from the backup top the original database. This is the current solution and it's time-consuming and error-prone. So, is there a way to make backups of a single schema, possibly through code? And then to restore just that schema, probably through code too?

The problem we are having is that when I run the accounting program in XP Mode it starts but then reports a connection problem. I understand that is a problem with the ODBC connection.   • Microsoft Money alternative?

    I'm looking for something to replace my MS Money 2004 application. I've tried KMyMoney which seems pretty simple (that's good!) but it can't import the OFC files I get from my bank, so I would have to enter everything manually = not good. I've tried GnuCash which does import OFC files but I can't wrap my mind around this double-entry philosophy. It may be good for accounting but not for home use. I've tried to make MS Money run in Wine with some success but it was hard to make it work and I'd have to re-do that on my new machine. This is still a useful alternative for me though... Is there a similar tool that can import OFC files and that doesn't do double-entry accounting? Tax capability is not needed for me, I only do after-tax numbers. Some nice dashboard views (upcoming bills, future cash flow, total net worth) and some graphs would be a definite bonus!

  • Any way to speed up this hierarchical query?

    I've got a serious performance problem with a hierarchical query that I can't seem to fix. I am modeling several organization charts in my database, each representing a virtual organization within our company. For example, we have several temporary committees that are created from time to time and there may be a Committee Organizer role at the top of this virtual hierarchy, with several people assigned to the Committee Member role beneath the organizer. Some of our virtual organizations have many levels and several branches at each level. I have a single table in which I represent all the role assignments. i.e. a ROLE_ID column and a PARENT_ROLE_ID column which is a foreign key to the ROLE_ID column. For each assignment we also store as a column the location in the company where this person has the assignment. For example, the Committee Organizer would have a company-level/ CEO assignment, while the committee members would have department-level assignments such as ACCOUNTING, MARKETING, etc. So to model the organizer/member relationship for two individuals we would have: ROLE_ID = 4 PARENT_ROLE_ID = NULL EMPLOYEE_NUMBER = 213423 COMPANY_LOCATION = CEO ROLE_ID = 5 PARENT_ROLE_ID = 4 EMPLOYEE_NUMBER = 838221 COMPANY_LOCATION = ACCOUNTING Here's where things get tricky. I have an application that every person in the organization can log in to. When they log in they should be able to view all the virtual organizations in our company. e.g. the committee members should be able to see the committee organizer and vice-versa. However, only the committee organizer should be able to edit the committee members. The difficulty is in determining whether an individual (who can have multiple role assignments) has edit access for each other assignment. While this seems simple in the example, consider a virtual organization in which we have President at the top, 5 departments directly beneath him, 2 subdepartments below each department. We only want people in the Accounting department to be able to edit individuals in the subdepartments belonging to the Accounting department. They should not have edit access to anybody in the Marketing department or its subdepartments. To determine edit access when a user views a virtual organization in our company I run a query that executes two inline views: A) Hierarchically query for all assignments in this virtual organization and using SYS_CONNECT_BY_PATH to store the entire path to each user/role/company_location and B) Hierarchically retrieve all the assignments the individual logged in has and using the SYS_CONNECT_BY_PATH to store the entire path to each of these assignments. The result of the query is all the records from A) plus a boolean determined by joining with B) which flags whether the logged in user has edit access for each record. Indexes don't seem to be helping... it simply appears that there is too much processing going on to separate all the records and then determine edit access. One issue is that I can't store the SYS_CONNECT_BY_PATH and index it... determining whether an individual record has edit access consists of comparing if: test_record_sys_path LIKE individual_record_sys_path || '%' Is a materialized view the answer?

But there are times I may want to query objects in say the accounting schema. It would be nice if I could issue a command and make it so I no longer must include the accounting before tables and views. But the next time I go in, I will be back to default of dbo.

  • PASS: The Budget Process

    Every fiscal year PASS creates a detailed budget.  This helps us set priorities and communicate to our members what we’re going to do in the upcoming year.  You can review the current budget on the PASS Governance page.  That page currently requires you to login but I’m talking with HQ to see if there are any legal issues with opening that up. The Accounting Team The PASS accounting team is two people.  The Executive Vice-President of Finance (“EVP”) and the PASS Accounting Manager.  Sandy Cherry is the accounting manager and works at PASS HQ.  Sandy has been with PASS since we switched management companies in 2007.  Throughout this document when I talk about any actual work related to the budget that’s all Sandy :)  She’s the glue that gets us through this process.  Last year we went through 32 iterations of the budget before the Board approved so it’s a pretty busy time for her us – well, mostly her. Fiscal Year The PASS fiscal year runs from July 1st through June 30th the following year.  Right now we’re in fiscal year 2011.  Our 2010 Summit actually occurred in FY2011.  We switched to this schedule from a calendar year in 2006.  Our goal was to have the Summit occur early in our fiscal year.  That gives us the rest of the year to handle any significant financial impact from the Summit.  If registrations are down we can reduce spending.  If registrations are up we can decide how much to increase our reserves and how much to spend.  Keep in mind that the Summit is budgeted to generate 82% of our revenue this year.  How it performs has a significant impact on our financials.  The other benefit of this fiscal year is that it matches the Microsoft fiscal year.  We sign an annual sponsorship agreement with Microsoft and it’s very helpful that our fiscal years match. This year our budget process will probably start in earnest in March or April.  I’d like to be done in early June so we can publish before July 1st.  I was late publishing it this year and I’m trying not to repeat that. Our Budget Our actual budget is an Excel spreadsheet with 36 sheets.  We remove some of those when we publish it since they include salary information.  The budget is broken up into various portfolios or departments.  We have 20 portfolios.  They include chapters, marketing, virtual chapters, marketing, etc.  Ideally each portfolio is assigned to a Board member.  Each portfolio also typically has a staff person assigned to it.  Portfolios that aren’t assigned to a Board member are monitored by HQ and the ExecVP-Finance (me).  These are typically smaller portfolios such as deferred membership or Summit futures.  (More on those in a later post.)  All portfolios are reviewed by all Board members during the budget approval process, when interim financials are released internally and at year-end. The Process Our first step is to budget revenues.  The Board determines a target attendee number.  We have formulas based on historical performance that convert that to an overall attendee revenue number.  Other revenue projections (such as vendor sponsorships) come from different parts of the organization.  I hope to have another post with more details on how we project revenues. The next step is to budget expenses.  Board members fill out a sample spreadsheet with their budget for the year.  They can add line items and notes describing what the amounts are for.  Each Board portfolio typically has from 10 to 30 line items.  Any new initiatives they want to pursue needs to be budgeted.  The Summit operations budget is managed by HQ.  It includes the cost for food, electrical, internet, etc.  Most of these come from our estimate of attendees and our contract with the convention center.  During this process the Board can ask for more or less to be spent on various line items.  For example, if we weren’t happy with the Internet at the last Summit we can ask them to look into different options and/or increasing the budget.  HQ will also make adjustments to these numbers based on what they see at the events and the feedback we receive on the surveys. After we have all the initial estimates we start reviewing the entire budget.  It is sent out to the Board and we can see what each portfolio requested and what the overall profit and loss number is.  We usually start with too much in expenses and need to cut.  In years past the Board started haggling over these numbers as a group.  This past year they decided I should take a first cut and present them with a reasonable budget and a list of what I changed.  That worked well and I think we’ll continue to do that in the future. We go through a number of iterations on the budget.  If I remember correctly, we went through 32 iterations before we passed the budget.  At each iteration various revenue and expense numbers can change.  Keep in mind that the PASS budget has 200+ line items spread over 20 portfolios.  Many of these depend on other numbers.  For example, if we decide increase the projected attendees that cascades through our budget.  At each iteration we list what changed and the impact.  Ideally these discussions will take place at a face-to-face Board meeting.  Many of them also take place over the phone.  Board members explain any increase they are asking for while performing due diligence on other budget requests.  Eventually a budget emerges and is passed. Publishing After the budget is passed we create a version without the formulas and salaries for posting on the web site.  Sandy also creates some charts to help our members understand the budget.  The EVP writes a nice little letter describing some of the changes from last year’s budget.  You can see my letter and our budget on the PASS Governance page.
