  • ODEE Green Field (Windows) Part 4 - Documaker

    Welcome back! We're about nearing completion of our installation of Oracle Documaker Enterprise Edition ("ODEE") in a green field. In my previous post, I covered the installation of SOA Suite for WebLogic. Before that, I covered the installation of WebLogic, and Oracle 11g database - all of which constitute the prerequisites for installing ODEE. Naturally, if your environment already has a WebLogic server and Oracle database, then you can skip all those components and go straight for the heart of the installation of ODEE. The ODEE installation is comprised of two procedures, the first covers the installation, which is running the installer and answering some questions. This will lay down the files necessary to install into the tiers (e.g. database schemas, WebLogic domains, etcetera). The second procedure is to deploy the configuration files into the various components (e.g. deploy the database schemas, WebLogic domains, SOA composites, etcetera). I will segment my posts accordingly! Let's get started, shall we? Unpack the installation files into a temporary directory location. This should extract a zip file. Extract that zip file into the temporary directory location. Navigate to and execute the installer in Disk1/setup.exe. You may have to allow the program to run if User Account Control is enabled. Once the dialog below is displayed, click Next. Select your ODEE Home - inside this directory is where all the files will be deployed. For ease of support, I recommend using the default, however you can put this wherever you want. Click Next. Select the database type, database connection type – note that the database name should match the value used for the connection type (e.g. if using SID, then the name should be IDMAKER; if using ServiceName, the name should be “idmaker.us.oracle.com”). Verify whether or not you want to enable advanced compression. Note: if you are not licensed for Oracle 11g Advanced Compression option do not use this option! Terrible, terrible calamities will befall you if you do! Click Next. Enter the Documaker Admin user name (default "dmkr_admin" is recommended for support purposes) and set the password. Update the System name and ID (must be unique) if you want/need to - since this is a green field install you should be able to use the default System ID. The only time you'd change this is if you were, for some reason, installing a new ODEE system into an existing schema that already had a system. Click Next. Enter the Assembly Line user name (default "dmkr_asline" is recommended) and set the password. Update the Assembly Line name and ID (must be unique) if you want/need to - it's quite possible that at some point you will create another assembly line, in which case you have several methods of doing so. One is to re-run the installer, and in this case you would pick a different assembly line ID and name. Click Next. Note: you can set the DB folder if needed (typically you don’t – see ODEE Installation Guide for specifics. Select the appropriate Application Server type - in this case, our green field install is going to use WebLogic - set the username to weblogic (this is required) and specify your chosen password. This credential will be used to access the application server console/control panel. Keep in mind that there are specific criteria on password choices that are required by WebLogic, but are not enforced by the installer (e.g. must contain a number, must be of a certain length, etcetera). Choose a strong password. Set the connection information for the JMS server. Note that for the 12.3.x version, the installer creates a separate JVM (WebLogic managed server) that hosts the JMS server, whereas prior editions place the JMS server on the AdminServer.  You may also specify a separate URL to the JMS server in case you intend to move the JMS resources to a separate/different server (e.g. back to AdminServer). You'll need to provide a login principal and credentials - for simplicity I usually make this the same as the WebLogic domain user, however this is not a secure practice! Make your JMS principal different from the WebLogic principal and choose a strong password, then click Next. Specify the Hot Folder(s) (comma-delimited if more than one) - this is the directory/directories that is/are monitored by ODEE for jobs to process. Click Next. If you will be setting up an SMTP server for ODEE to send emails, you may configure the connection details here. The details required are simple: hostname, port, user/password, and the sender's address (e.g. emails will appear to be sent by the address shown here so if the recipient clicks "reply", this is where it will go). Click Next. If you will be using Oracle WebCenter:Content (formerly known as Oracle UCM) you can enable this option and set the endpoints/credentials here. If you aren't sure, select False - you can always go back and enable this later. I'm almost 76% certain there will be a post sometime in the future that details how to configure ODEE + WCC:C! Click Next. If you will be using Oracle UMS for sending MMS/text messages, you can enable and set the endpoints/credentials here. As with UCM, if you're not sure, don't enable it - you can always set it later. Click Next. On this screen you can change the endpoints for the Documaker Web Service (DWS), and the endpoints for approval processing in Documaker Interactive. The deployment process for ODEE will create 3 managed WebLogic servers for hosting various Documaker components (JMS, Interactive, DWS, Dashboard, Documaker Administrator, etcetera) and it will set the ports used for each of these services. In this screen you can change these values if you know how you want to deploy these managed servers - but for now we'll just accept the defaults. Click Next. Verify the installation details and click Install. You can save the installation into a response file if you need to (which might be useful if you want to rerun this installation in an unattended fashion). Allow the installation to progress... Click Next. You can save the response file if needed (e.g. in case you forgot to save it earlier!) Click Finish. That's it, you're done with the initial installation. Have a look around the ODEE_HOME that you just installed (remember we selected c:\oracle\odee_1?) and look at the files that are laid down. Don't change anything just yet!     On a Linux or UNIX server this is one of my most frequently used commands. find . -name "*.htm" -exec grep -iH "alter session" {} \; It is an easy way to find a string you know is in a group of files, but don't know or can't remember which file it is in. For the example above, I knew that WebCenter Content sends a bunch of alter session commands to the database when it opens a new database connection. I wanted to find where these were defined and what all the alter session commands were. So, I ran these commands: cd /opt/oracle/middleware/Oracle_ECM1/ucm/idc/resources/core find . -name "*.htm" -exec grep -iH "alter session" {} \; And the results were: ./tables/query.htm: ALTER SESSION SET optimizer_mode = ?./tables/query.htm: ALTER SESSION SET NLS_LENGTH_SEMANTICS = ?./tables/query.htm: ALTER SESSION SET NLS_SORT = ?./tables/query.htm: ALTER SESSION SET NLS_COMP = ?./tables/query.htm: ALTER SESSION SET CURSOR_SHARING = ?./tables/query.htm: ALTER SESSION SET EVENTS '30579 trace name context forever, level 2'./tables/query.htm: ALTER SESSION SET NLS_DATE_FORMAT = ?./tables/query.htm: alter session set events '30579 trace name context forever, level 2' I could then go edit the query.htm file and find the include that contained all the ALTER SESSION commands.

The AutoVue Document Print Service products help address a trivial, yet very common challenge: printing and batch printing documents. The AutoVue Document Print Service is a Web-Services based interface, which allows developers to complement their print server solutions by leveraging AutoVue's printing capabilities within broader enterprise applications like Asset Lifecycle Management, Product Lifecycle Management, Enterprise Content Management solutions, etc. This means that you can leverage the AutoVue Document Print Service products as part of your printing solution to automate the printing of virtually any document type required in any business process. Clients that consume AutoVue's Document Print Service can be written in any language (for example Java or .NET) as long as they understand Web Services Description Language (WSDL) and communicate using Simple Object Access Protocol (SOAP). The print solution consists of three main components, as described in the diagram below: a print server (not included in the AutoVue Document Print Service offering) that will interact with your application to identify the files that need to be printed, the printer to send each file, as well as the print options needed for each file (paper size, page orientation, etc), and collate the print job requests. The print server will also take care of calling the AutoVue Document Print Service to perform the actual printing. The AutoVue Document Print Services send files to a printer for printing. The AutoVue Document Print Service products leverage AutoVue's format- and platform agnostic technology to let you print/batch virtually any type of files, without requiring the authoring application installed on your machine. and Printers As shown above, you can trigger printing from your application either programmatically through automated business processes or manually through human interaction. If documents that need to be printed from your application are stored inside a content repository/Document Management System (DMS) such as Oracle Universal Content Management System (UCM), then the Print Server will need to identify the list of documents and pass the ID of each document to the AutoVue DPS to print. In this case, AutoVue DPS leverages the AutoVue VueLink integration (note: AutoVue VueLink integrations are pre-packaged AutoVue integrations with most common enterprise systems. In lieu of the AutoVue VueLink integration, you can also leverage the AutoVue Integration Software Development Kit (iSDK) to build your own connector. If the documents you need to print from your application are not stored in a content management system, the Print Server will need to ensure that files are made available to the AutoVue Document Print Service. The Print Server could for example fetch the files out of your application or an extension to the application could be developed to fetch the files and make them available to the AutoVue DPS.   • The Minimalist Approach to Content Governance - Retire Phase

During the Retire Phase our content management team should not have to track down content creators if the Request Phase of this process was completed successfully. The ownership meta data, success criteria and time stamp that was applied to the original content submission will help to manage content at the end of the content life cycle. The Retire Phase will provide the opportunity for us to prune irrelevant content items through archiving or deletion, keeping the content system clear of irrelevant information, streamlining users ability to browse and search for content.   1. Act on Metrics Established during the Request Phase Why - Some information is only relevant for a given amount of time. In Content Platform Migration Strategy - Artifacts vs Perishable Content we examined two content types - Artifacts and Perishable content. Understanding the differences between Artifacts and Perishable content will allow us to explicitly respect their various lifespans. Additionally, some content may have been part of a project that failed to meet the success criteria outlined in the Request Phase. Any content that did not meet the metrics outlined in the Request Phase should be considered for deletion. How - Thankfully by adhering to to The Minimalist Approach to Content Governance our content should have some level of meta data associated with it that will allow us to quickly sort and understand how to deal with it. Content Management Systems like Oracle's Universal Content Management (UCM) natively allow you to create and save advanced searches that can use content meta data like folders, author, expiration date, security settings and custom meta data to pull back listings of content for examination. Additionally, analytics are available for all content items that allow us to determine if the usage is meeting success criteria that may have been previously outlined during the request phase. The lists that are produced from these approaches can be quickly reviewed for each project with the content owners and based on the nature of the content and success criteria undergo archiving or deletion. Impact - Retiring content that is no longer relevant will allow end users to have fast and relevant access to information across your enterprise. As we mentioned in our first post in this series - it is easy to quickly start producing content, but the challenge is ensuring that the environment is easy to navigate and use on the third week and during the third year. The light level of effort that was placed into the Request Phase of this process will set us up to keep content clean and relevant for a long time to come. With an up-to-date content repository users will be able to quickly find access to the information that is critical to their work processes. You might not get a holiday named in your honor managing the content system, but will appreciate their quick access to quality information.

  • Creating metadata value relationships

    I was recently asked an question about an interesting use case. They wanted content to be submitted into UCM with a particular ID in a custom metadata field. But they wanted that ID to be translated during submission into an employee name in another metadata field upon submission. My initial thought was that this could be done with a dependent choice list (DCL). One option list field driving the choices in another. But this didn't work in this case for a couple of reasons. First, the number of IDs could potentially be very large. So making that into a drop-down list would not be practical. The preference would be for that field to simply be a text field to type in the ID. Secondly, data could be submitted through different methods other then the web-based check-in form. And without an interface to select the DCL choices, the system needed a way to determine and populate the name field. So instead I went the approach of having the value of the ID field drive the value of the Name field using the derived field approach in my rule. In looking at it though, it was easy to simply copy the value of the ID field into the Name field...but to have it look up and translate the value proved to be the tricky part. So here is the approach I took... First I created my two metadata fields as standard text fields in the Configuration Manager applet. Next I create a table that stores the relationship between the IDs and Names. I then create a View into that table and set the column to the EmployeeID. I now create a new Application Field and set it as an option list using the View I created in the previous step. The reason I create it as an Application field is because I don't need to display the field or store a value in it. I simply need to make use of the option list in the next step... Finally, I create a Rule in which I select the Employee Name field and turn on the 'Is derived field' checkbox. I edit the derived value and add a new condition. Because the option list is a Application field and not an Information field, I can't use the Compute button. Instead, I insert this line directly in the Value field: @getFieldViewValue("EmployeeMapping",#active.xEmployeeID, "EmployeeName") The "EmployeeMapping" parameter designates that the value should be pulled from the EmployeeMapping Application field that I had created in the previous step. The #active.xEmployeeID field is the ID value that should be pulled from what the user entered. "EmployeeName" is the column name in the table which has the value which corresponds to the ID. The extracted name then becomes the value within our Employee Name field. That's it. You can then add additional Rules to make the Name field read-only/hidden on the check-in page and such.

  • Spotlight on an office - Denmark

    Hi, my name is Michael. I work as an Intern at the Danish office in Ballerup. My job is a part-time position beside my bachelor study in International Business at Copenhagen Business School. I joined Oracle end of February last year, and what a thrilling ride it has been! Last year, when I was offered the position, there was no doubt that I wanted to go for it. Back then, I only had little idea about Oracle as a company and what kind of exciting assignments lay ahead of me. My main role is internal communications, i.e. editor of a monthly employee’s news letter; Newszone. It is an interesting task, since it requires that I am updated on the different activities that take place within the Oracle Denmark office. I try to bring interesting articles, which are relevant and interesting news to my colleagues and it allows me to interact with many different persons at the office and to learn from their experience, which give me great inspiration and ideas for the magazine. Besides being the editor of Newszone, I also make sure that other communication flow freely at the Oracle Denmark office. I do this through our LCD screen channels. I update the internal channel with the latest information and important messages for employees, and on the external channel I circulate marketing videos featuring Oracle products and customer reference stories. In addition to this, I have the responsibility acting as a content manager of the Local Communication Denmark site on MyOracle (UCM). These are more or less my usual work assignments. On top of these I take care of various ad hoc assignments such as updating the GCM database, renew newspaper subscriptions etc. The Oracle Denmark office Being part of the local employees club I also assist with arranging social events outside working hours – e.g. evenings at the theater or cinema or by attending many of the sportsactivities;such as our running club, cycling club, food club and book club. These activities have indeed helped me grow my personal network within Oracle.  The office is packed with engaging, high-paced and motivated people who manage to take time off to spend a day attending Corporate Social Responsibility initiatives, one of them being GVD (Global Volunteer Day) with approximately 40 employees attending. This proofs some of the social responsible aspects of Oracle. I was positively surprised on how the office (named O-Zone) is designed. The office is designed into three distinct zones, namely Call zone, Project and Dialogue zone and Quiet zone, having different working environments for different job roles. The other thing which I like is that you do not have your own desk, which means you get to sit next to different people every day, getting new ideas and inspiration as well as getting to know more people in the organization you work in. To sum up: If you are considering pursuing an intern or a career after graduation in Oracle, do it! You will not regret it.   • Do MORE with WebCenter - Webcast Overview & TIES Tour

    Today's post is from Michelle Huff, Senior Director, Product Management, Oracle WebCenter `````````````````  In case you missed it, I presented on a webcast yesterday focused on how you can “Do More with Oracle WebCenter – Expand Beyond Content Management.” As you may remember, we rebranded Oracle’s Enterprise Content Management (ECM) Suite, which some people knew by the wonderfully techie three-letter acronyms -- UCM, URM & IPM -- to Oracle WebCenter Content last year. Since it’s a unified ECM platform, I’ve seen many customers over the years continue to expand the number of content-centric solutions and application integrations powered by WebCenter throughout their organizations. But, did you know WebCenter also provides portal, collaboration and web experience management capabilities as well? This enables you to leverage your existing investment in the WebCenter platform as well as the information you’re managing to create engaging sites, collaborative spaces, or self-service portals and composite applications. In the webcast I walked through six different ways that you can do more with WebCenter: Collaborative content contribution and sharing environment Share content across intranets and extranets Combine content in composite applications Create targeted online experiences Manage interactive social experiences Optimize multi-channel customer experiences Joining me on the call was Greg Utecht with TIES. TIES is a joint powers cooperative owned by 46 Minnesota school districts, represents 514 schools – and provides software applications, hardware and software, internet service and professional development designed by educators for education. I was having a lot of fun over the past few days talking with Greg about the TIES implementation and future plans with WebCenter. He joined me on the call for a little Q&A to explain how he’s using WebCenter today for their iContent implementation for document management, records management and archiving. And also covered how they have expanded their implementation to create a collaborative space called their HRPay System with WebCenter to facilitate collaboration and to better engage their users within the school districts. During our conversation a few questions came from the audience about their implementation. They were curious to see how the system looked – so let’s take a peak. This first screenshot shows the screen that a human resources or payroll worker in one of our member districts would see upon logging in, based on their credentials and role in their district. This shows the result of clicking on the SUBSCRIBE link on the main page. It allows the user to subscribe to parts of the portal which will e-mail him/her when those are updated in any way. This shows the screen that a human resources or payroll worker in one of our member districts would see upon clicking on the Resources link. This shows the screen that a human resources or payroll worker in one of our member districts would see upon clicking on the Finance Advisory link. It shows the discussion threads and document sharing areas. This shows the screen that appears when the forum topic on the preceding screen is clicked. This shows the screen portlet up close with shared documents. This shows the screen that appears when a shared document is clicked on.   • Access Control Lists for Roles

    Back in an earlier post, I wrote about how to enable entity security (access control lists, aka ACLs) for UCM 11g PS3.  Well, there was actually an additional security option that was included in that release but not fully supported yet (only for Fusion Applications).  It's the ability to define Roles as ACLs to entities (documents and folders).  But now in PS5, this security option is now fully supported.   The benefit of defining Roles for ACLs is that those user roles come from the enterprise security directory (e.g. OID, Active Directory, etc) and thus the WebCenter Content administrator does not need to define them like they do with ACL Groups (Aliases).  So it's a bit of best of both worlds.  Users are managed through the LDAP repository and are automatically granted/denied access through their group membership which are mapped to Roles in WCC.  A different way to think about it is being able to add multiple Accounts to content items...which I often get asked about.  Because LDAP groups can map to Accounts, there has always been this association between the LDAP groups and access to the entity in WCC.  But that mapping had to define the specific level of access (RWDA) and you could only apply one Account per content item or folder.  With Roles for ACLs, it basically takes away both of those restrictions by allowing users to define more then one Role and define the level of access on-the-fly. To turn on ACLs for Roles, there is a component to enable.  On the Component Manager page, click the 'advanced component manager' link in the description paragraph at the top.   In the list of Disabled Components, enable the RoleEntityACL component. Then restart.  This is assuming the other configuration settings have been made for the other ACLs in the earlier post.   Once enabled, a new metadata field called xClbraRoleList will be created.  If you are using OracleTextSearch as the search indexer, be sure to run a Fast Rebuild on the collection. For Users and Groups, these values are automatically picked up from the corresponding database tables.  In the case of Roles, there is an explicitly defined list of choices that are made available.  These values must match the roles that are coming from the enterprise security repository. To add these values, go to Administration -> Admin Applets -> Configuration Manager.  On the Views tab, edit the values for the ExternalRolesView.  By default, 'guest' and 'authenticated' are added.  Once added, you can assign the roles to your content or folder. If you are a user that can both access the Security Group for that item and you belong to that particular Role, you now have access to that item.  If you don't belong to that Role, you won't! [Extra] Because the selection mechanism for the list is using a type-ahead field, users may not even know the possible choices to start typing to.  To help them, one thing you can add to the form is a placeholder field which offers the entire list of roles as an option list they can scroll through (assuming its a manageable size)  and view to know what to type to.  By being a placeholder field, it won't need to be added to the custom metadata database table or search engine.
