  • Using Table-Valued Parameters in SQL Server

    I work with stored procedures in SQL Server pretty frequently and have often found myself with a need to pass in a list of values at run-time. Quite often this list contains a set of ids on which the stored procedure needs to operate the size and contents of which are not known at design time. In the past I’ve taken the collection of ids (which are usually integers), converted them to a string representation where each value is separated by a comma and passed that string into a VARCHAR parameter of a stored procedure. The body of the stored procedure would then need to parse that string into a table variable which could be easily consumed with set-based logic within the rest of the stored procedure. This approach works pretty well but the VARCHAR variable has always felt like an un-wanted “middle man” in this scenario. Of course, I could use a BULK INSERT operation to load the list of ids into a temporary table that the stored procedure could use, but that approach seems heavy-handed in situations where the list of values is usually going to contain only a few dozen values. Fortunately SQL Server 2008 introduced the concept of table-valued parameters which effectively eliminates the need for the clumsy middle man VARCHAR parameter. Example: Customer Transaction Summary Report Let’s say we have a report that can summarize the the transactions that we’ve conducted with customers over a period of time. The report returns a pretty simple dataset containing one row per customer with some key metrics about how much business that customer has conducted over the date range for which the report is being run. Sometimes the report is run for a single customer, sometimes it’s run for all customers, and sometimes it’s run for a handful of customers (i.e. a salesman runs it for the customers that fall into his sales territory). This report can be invoked from a website on-demand, or it can be scheduled for periodic delivery to certain users via SQL Server Reporting Services. Because the report can be created from different places and the query to generate the report is complex it’s been packed into a stored procedure that accepts three parameters: @startDate – The beginning of the date range for which the report should be run. @endDate – The end of the date range for which the report should be run. @customerIds – The customer Ids for which the report should be run. Obviously, the @startDate and @endDate parameters are DATETIME variables. The @customerIds parameter, however, needs to contain a list of the identity values (primary key) from the Customers table representing the customers that were selected for this particular run of the report. In prior versions of SQL Server we might have made this parameter a VARCHAR variable, but with SQL Server 2008 we can make it into a table-valued parameter. Defining And Using The Table Type In order to use a table-valued parameter, we first need to tell SQL Server about what the table will look like. We do this by creating a user defined type. For the purposes of this stored procedure we need a very simple type to model a table variable with a single integer column. We can create a generic type called ‘IntegerListTableType’ like this: CREATE TYPE IntegerListTableType AS TABLE (Value INT NOT NULL) Once defined, we can use this new type to define the @customerIds parameter in the signature of our stored procedure. The parameter list for the stored procedure definition might look like: 1: CREATE PROCEDURE dbo.rpt_CustomerTransactionSummary 2: @starDate datetime, 3: @endDate datetime, 4: @customerIds IntegerListTableTableType READONLY   Note the ‘READONLY’ statement following the declaration of the @customerIds parameter. SQL Server requires any table-valued parameter be marked as ‘READONLY’ and no DML (INSERT/UPDATE/DELETE) statements can be performed on a table-valued parameter within the routine in which it’s used. Aside from the DML restriction, however, you can do pretty much anything with a table-valued parameter as you could with a normal TABLE variable. With the user defined type and stored procedure defined as above, we could invoke like this: 1: DECLARE @cusomterIdList IntegerListTableType 2: INSERT @customerIdList VALUES (1) 3: INSERT @customerIdList VALUES (2) 4: INSERT @customerIdList VALUES (3) 5:  6: EXEC dbo.rpt_CustomerTransationSummary 7: @startDate = '2012-05-01', 8: @endDate = '2012-06-01' 9: @customerIds = @customerIdList   Note that we can simply declare a variable of type ‘IntegerListTableType’ just like any other normal variable and insert values into it just like a TABLE variable. We could also populate the variable with a SELECT … INTO or INSERT … SELECT statement if desired. Using The Table-Valued Parameter With ADO .NET Invoking a stored procedure with a table-valued parameter from ADO .NET is as simple as building a DataTable and passing it in as the Value of a SqlParameter. Here’s some example code for how we would construct the SqlParameter for the @customerIds parameter in our stored procedure: 1: var customerIdsParameter = new SqlParameter(); 2: customerIdParameter.Direction = ParameterDirection.Input; 3: customerIdParameter.TypeName = "IntegerListTableType"; 4: customerIdParameter.Value = selectedCustomerIds.ToIntegerListDataTable("Value");   All we’re doing here is new’ing up an instance of SqlParameter, setting the pamameters direction, specifying the name of the User Defined Type that this parameter uses, and setting its value. We’re assuming here that we have an IEnumerable<int> variable called ‘selectedCustomerIds’ containing all of the customer Ids for which the report should be run. The ‘ToIntegerListDataTable’ method is an extension method of the IEnumerable<int> type that looks like this: 1: public static DataTable ToIntegerListDataTable(this IEnumerable<int> intValues, string columnName) 2: { 3: var intergerListDataTable = new DataTable(); 4: intergerListDataTable.Columns.Add(columnName); 5: foreach(var intValue in intValues) 6: { 7: var nextRow = intergerListDataTable.NewRow(); 8: nextRow[columnName] = intValue; 9: intergerListDataTable.Rows.Add(nextRow); 10: } 11:  12: return intergerListDataTable; 13: }   Since the ‘IntegerListTableType’ has a single int column called ‘Value’, we pass that in for the ‘columnName’ parameter to the extension method. The method creates a new single-columned DataTable using the provided column name then iterates over the items in the IEnumerable<int> instance adding one row for each value. We can then use this SqlParameter instance when invoking the stored procedure just like we would use any other parameter. Advanced Functionality Using passing a list of integers into a stored procedure is a very simple usage scenario for the table-valued parameters feature, but I’ve found that it covers the majority of situations where I’ve needed to pass a collection of data for use in a query at run-time. I should note that BULK INSERT feature still makes sense for passing large amounts of data to SQL Server for processing. MSDN seems to suggest that 1000 rows of data is the tipping point where the overhead of a BULK INSERT operation can pay dividends. I should also note here that table-valued parameters can be used to deal with more complex data structures than single-columned tables of integers. A User Defined Type that backs a table-valued parameter can use things like identities and computed columns. That said, using some of these more advanced features might require the use the SqlDataRecord and SqlMetaData classes instead of a simple DataTable. Erland Sommarskog has a great article on his website that describes when and how to use these classes for table-valued parameters. What About Reporting Services? Earlier in the post I referenced the fact that our example stored procedure would be called from both a web application and a SQL Server Reporting Services report. Unfortunately, using table-valued parameters from SSRS reports can be a bit tricky and warrants its own blog post which I’ll be putting together and posting sometime in the near future.

  • Thoughts on the Nomination Committee Campaign 2014

    Congratulations to Erin, Andy and Allen on making the Nomination Committee for 2014. As Mark Broadbent (@retracement) stated in his tweet, there’s a great set of individuals for the Nom Com, and I could not agree more. I know Erin and Allen, and I know how much value they will bring to the process. I don’t know Andy as well, but I am sure he will do a great job and I hope I can meet him at PASS soon. The final candidate appointed by the PASS board is Rick Bolesta, who brings a wealth of experience to the process. I also want to take the opportunity to thank all who have voted. Not just for me, but for all the candidates during the election. Your contribution is greatly appreciated. Would I apply for the Nom Com again?  Yes I would. My first election experience has been a learning experience in itself. So I accept the result and look forward to applying next year. Moving on from this, I do want to express my opinion about the lack of international representation in the election process. One of the tweets that I saw after the result was from Adam Machanic (@AdamMachanic) who commented on the lack of international members on the Nom Com. If truth be told, I was disappointed – when the candidate list was released -- that for the second time in recent elections there was a lack of international candidates on the candidate list. It feels that only Brits and Americans partake in such elections. This is a real shame, and I can’t help thinking why this is the case. Hugo Kornelis (@Hugo_Kornelis) wrote a blog here to express his thoughts. He did raise some valid points. I don’t know why there is an absence of international candidates. I know that the team at PASS are looking to improve the situation, so I do not want to give the impression that PASS are doing nothing. For reference please see Bill Graziano’ s article here to see how PASS are addressing the situation. There is a clear direction to change the rules within PASS to give greater inclusion of international members. In addition to this, I wanted to explore a couple of potential approaches to address the situation. I am not saying that they are the right answer, but when I see challenges, I like to bring potential solutions to the table. 1.       Use the PASS mission statement to define a tactical objective that engages community leaders into the election process. If you are not familiar with the PASS mission statement, let me provide it here as laid out on the PASS website. “Empower data professionals who leverage Microsoft technologies to connect, share, and learn through networking, knowledge sharing, and peer-based learning” PASS fulfil this mission statement regularly. Whether you attend SQL Saturday, SQLRally, SQLPASS and BA conference itself. The biggest value of PASS is the ability to bring our profession together. And the 24 hour hop allows you to learn from the comfort of your own office/home. This mission should be extended to define a tactical objectives that bring greater networking and knowledge sharing between PASS Chapter leaders/Regional Mentors and PASS HQ. It should help educate the leaders about the opportunities of elections and how leaders can become involved. I know PASS engage with Chapter leaders on a regular basis to discuss community matters for the benefit of PASS members. How could this be achieved? Perhaps PASS could perform a quarterly virtual meeting that specifically looks at helping leaders become more involved with the election process 2.       Evolve the Global Growth Strategy into a Global Engagement Strategy. One of the remits of the PASS board over the last couple of years is the Global Growth strategy. This has been very successful as we have seen the massive growth of events across the world. For that, I congratulate the board for this success. Perhaps the time is now right to look at solidifying this success, through a Global Engagement Strategy that starts with the collaboration of Chapter Leaders, Regional Mentors and Evangelists in their respective Countries or Regions. The engagement strategy should look at increasing collaboration between community leaders for the benefit of their respective communities. It should also provide a channel for encouraging leaders to put themselves forward for the elections. How could this be achieved? In the UK, there has been a big growth in PASS Chapters and SQL Server Events that was approaching saturation point. The introduction of the Community Engagement Day -- channelled through the SQLBits conference -- has enabled Chapter Leaders to collaborate, connect and share with PASS, Sponsors and Microsoft. It also provides the ability for Chapter Leaders to speak directly to the PASS representatives from PASSHQ. This brings with it the ability for PASS community evangelists to communicate PASS objectives. It has also been the event where we have found out; and/or encouraged, Chapter Leaders to put themselves forward for elections. People like encouragement and validation when going for something like an election, and being able to discuss this with peers at a dedicated event provides a useful platform. PASS has the people in place already to facilitate such an event. Regional Mentors could potentially help organise such events on an annual basis, with PASSHQ providing support in providing a room/Lync access for the event to take place. It would be really good if a PASSHQ representative could attend in person as well.   3.       Restrict candidates to serve only a limited number of terms. A frequent comment I saw on social networking was that the elections can be seen by some as a popularity conference. Perhaps by limiting the number of terms that an individual can serve on either the Nom Com or the BOD, other candidates may be encouraged to be more actively involved within the PASS election process. I don’t think that the current byelaws deal with this particular suggestion. I also saw a couple of tweets that stated that more active community members did not apply for the Nom Com. I struggled to understand how the individuals of the tweets measured “more active”. It just also further solidified the subjective nature of elections. In the absence of how candidates are put forward for the elections. Then a restriction of terms enables the opportunity to be extended to others. How could this be achieved? Set a resolution that is put to a community vote as to the viability of such a solution. For example, the questions for the vote could be: Should individuals in the Nom Com and BoD be limited to a certain number of terms?  Yes/No. What is the maximum number of terms a candidate could serve?   It would be simple to execute such a vote, and the community will have an opportunity to have a say in an important aspect of the PASS organisation. And is the change is successful, then add it as a byelaw.   So there are some of my thoughts. I am not saying they are right or wrong. But I do hope that there is a concerted effort to encourage more candidates from other reaches of the Globe to become involved with future elections.   It would be good to hear your thoughts   Thanks   Chris

  • Improving Manageability of Virtual Environments

    Boot Environments for Solaris 10 Branded Zones Until recently, Solaris 10 Branded Zones on Solaris 11 suffered one notable regression: Live Upgrade did not work. The individual packaging and patching tools work correctly, but the ability to upgrade Solaris while the production workload continued running did not exist. A recent Solaris 11 SRU (Solaris 11.1 SRU 6.4) restored most of that functionality, although with a slightly different concept, different commands, and without all of the feature details. This new method gives you the ability to create and manage multiple boot environments (BEs) for a Solaris 10 Branded Zone, and modify the active or any inactive BE, and to do so while the production workload continues to run. Background In case you are new to Solaris: Solaris includes a set of features that enables you to create a bootable Solaris image, called a Boot Environment (BE). This newly created image can be modified while the original BE is still running your workload(s). There are many benefits, including improved uptime and the ability to reboot into (or downgrade to) an older BE if a newer one has a problem. In Solaris 10 this set of features was named Live Upgrade. Solaris 11 applies the same basic concepts to the new packaging system (IPS) but there isn't a specific name for the feature set. The features are simply part of IPS. Solaris 11 Boot Environments are not discussed in this blog entry. Although a Solaris 10 system can have multiple BEs, until recently a Solaris 10 Branded Zone (BZ) in a Solaris 11 system did not have this ability. This limitation was addressed recently, and that enhancement is the subject of this blog entry. This new implementation uses two concepts. The first is the use of a ZFS clone for each BE. This makes it very easy to create a BE, or many BEs. This is a distinct advantage over the Live Upgrade feature set in Solaris 10, which had a practical limitation of two BEs on a system, when using UFS. The second new concept is a very simple mechanism to indicate the BE that should be booted: a ZFS property. The new ZFS property is named com.oracle.zones.solaris10:activebe (isn't that creative? ). It's important to note that the property is inherited from the original BE's file system to any BEs you create. In other words, all BEs in one zone have the same value for that property. When the (Solaris 11) global zone boots the Solaris 10 BZ, it boots the BE that has the name that is stored in the activebe property. Here is a quick summary of the actions you can use to manage these BEs: To create a BE: Create a ZFS clone of the zone's root dataset To activate a BE: Set the ZFS property of the root dataset to indicate the BE To add a package or patch to an inactive BE: Mount the inactive BE Add packages or patches to it Unmount the inactive BE To list the available BEs: Use the "zfs list" command. To destroy a BE: Use the "zfs destroy" command. Preparation Before you can use the new features, you will need a Solaris 10 BZ on a Solaris 11 system. You can use these three steps - on a real Solaris 11.1 server or in a VirtualBox guest running Solaris 11.1 - to create a Solaris 10 BZ. The Solaris 11.1 environment must be at SRU 6.4 or newer. Create a flash archive on the Solaris 10 system s10# flarcreate -n s10-system /net/zones/archives/s10-system.flar Configure the Solaris 10 BZ on the Solaris 11 system s11# zonecfg -z s10z Use 'create' to begin configuring a new zone. zonecfg:s10z create -t SYSsolaris10 zonecfg:s10z set zonepath=/zones/s10z zonecfg:s10z exit s11# zoneadm list -cv ID NAME STATUS PATH BRAND IP 0 global running / solaris shared - s10z configured /zones/s10z solaris10 excl Install the zone from the flash archive s11# zoneadm -z s10z install -a /net/zones/archives/s10-system.flar -p You can find more information about the migration of Solaris 10 environments to Solaris 10 Branded Zones in the documentation. The rest of this blog entry demonstrates the commands you can use to accomplish the aforementioned actions related to BEs. New features in action Note that the demonstration of the commands occurs in the Solaris 10 BZ, as indicated by the shell prompt "s10z# ". Many of these commands can be performed in the global zone instead, if you prefer. If you perform them in the global zone, you must change the ZFS file system names. Create The only complicated action is the creation of a BE. In the Solaris 10 BZ, create a new "boot environment" - a ZFS clone. You can assign any name to the final portion of the clone's name, as long as it meets the requirements for a ZFS file system name. s10z# zfs snapshot rpool/ROOT/zbe-0@snap s10z# zfs clone -o mountpoint=/ -o canmount=noauto rpool/ROOT/zbe-0@snap rpool/ROOT/newBE cannot mount 'rpool/ROOT/newBE' on '/': directory is not empty filesystem successfully created, but not mounted You can safely ignore that message: we already know that / is not empty! We have merely told ZFS that the default mountpoint for the clone is the root directory. List the available BEs and active BE Because each BE is represented by a clone of the rpool/ROOT dataset, listing the BEs is as simple as listing the clones. s10z# zfs list -r rpool/ROOT NAME USED AVAIL REFER MOUNTPOINT rpool/ROOT 3.55G 42.9G 31K legacy rpool/ROOT/zbe-0 1K 42.9G 3.55G / rpool/ROOT/newBE 3.55G 42.9G 3.55G / The output shows that two BEs exist. Their names are "zbe-0" and "newBE". You can tell Solaris that one particular BE should be used when the zone next boots by using a ZFS property. Its name is com.oracle.zones.solaris10:activebe. If you would prefer to modify the new BE, you can restore the original value to the activebe property and reboot, and then mount the new BE to /mnt (or another empty directory) and modify it. Let's mount the original BE so we can modify it. (The first command is only needed if you haven't already mounted that BE.) s10z# zfs mount -o mountpoint=/mnt rpool/ROOT/zbe-0 s10z# patchadd -R /mnt -M /var/sadm/spool 104945-02 Note that the typical usage will be: Create a BE Mount the new (inactive) BE Use the package and patch tools to update the new BE Unmount the new BE Reboot Delete an inactive BE ZFS clones are children of their parent file systems. In order to destroy the parent, you must first "promote" the child. This reverses the parent-child relationship. (For more information on this, see the documentation.) The original rpool/ROOT file system is the parent of the clones that you create as BEs. In order to destroy an earlier BE that is that parent of other BEs, you must first promote one of the child BEs to be the ZFS parent. Only then can you destroy the original BE. Fortunately, this is easier to do than to explain: s10z# zfs promote rpool/ROOT/newBE s10z# zfs destroy rpool/ROOT/zbe-0 s10z# zfs list -r rpool/ROOT NAME USED AVAIL REFER MOUNTPOINT rpool/ROOT 3.56G 269G 31K legacy rpool/ROOT/newBE 3.56G 269G 3.55G / Documentation This feature is so new, it is not yet described in the Solaris 11 documentation. However, MOS note 1558773.1 offers some details. Conclusion With this new feature, you can add and patch packages to boot environments of a Solaris 10 Branded Zone. This ability improves the manageability of these zones, and makes their use more practical. It also means that you can use the existing P2V tools with earlier Solaris 10 updates, and modify the environments after they become Solaris 10 Branded Zones.

Whenever I tested the button it seemed to work perfectly, I uploaded the page and thought I was done. I'm a little dumbfounded on how this happened, the client mentioned a couple e-mails of this, so I don't think it is a random glitch. Also, the e-mail address was formatted like an e-mail address, so someone or some program was interpreting the labels next to each text box. I also noticed that the first and last names entered are the same word, even though they were in different text boxes, I'm thinking its some spam program, but wouldn't they try to advertise something and make money, rather than just spouting out random text? Also, the comments section makes no sense to me at all, the links goto nowhere and they're all perfectly formatted, a random person just screwing around wouldn't know those tags, and a programmer doing it wouldn't bother with it, but also neither would a program. I have no idea what caused this or how to fix it, I'm drawing a blank here. Anyone have any ideas?

  • Evaluating Solutions to Manage Product Compliance? Don't Wait Much Longer

    Depending on severity, product compliance issues can cause all sorts of problems from run-away budgets to business closures. But effective policies and safeguards can create a strong foundation for innovation, productivity, market penetration and competitive advantage. Corporate sustainability initiatives are also gaining urgency and influencing product design. In a survey of 405 corporations in the Global 500 by Carbon Disclosure Project, co-written by PwC (CDP Global 500 Climate Change Report 2012 entitled Business Resilience in an Uncertain, Resource-Constrained World), 48% of the respondents indicated they saw potential to create new products and business services as a response to climate change. Just 21% reported a dedicated budget for the research. However, the report goes on to explain that those few companies are winning over new customers and driving additional profits by exploiting their abilities to adapt to environmental needs. The article cites Dell as an example – Dell has invested in research to develop new products designed to reduce its customers’ emissions by more than 10 million metric tons of CO2e per year. This reduction in emissions should save Dell’s customers over $1billion per year as a result! Over time we expect to see many additional companies prove that eco-design provides marketplace benefits through differentiation and direct customer value.     1xx - Informational These HTTP status codes indicate a provisional response. The client computer receives one or more 1xx responses before the client computer receives a regular response. IIS 7.0 uses the following informational HTTP status codes: 100 - Continue. 101 - Switching protocols. 2xx - Success These HTTP status codes indicate that the server successfully accepted the request. IIS 7.0 uses the following success HTTP status codes: 200 - OK. The client request has succeeded. 201 - Created. 202 - Accepted. 203 - Nonauthoritative information. 204 - No content. 205 - Reset content. 206 - Partial content. 3xx - Redirection These HTTP status codes indicate that the client browser must take more action to fulfill the request. For example, the client browser may have to request a different page on the server. Or, the client browser may have to repeat the request by using a proxy server. IIS 7.0 uses the following redirection HTTP status codes: 301 - Moved permanently. 302 - Object moved. 304 - Not modified. 307 - Temporary redirect. 4xx - Client error These HTTP status codes indicate that an error occurred and that the client browser appears to be at fault. For example, the client browser may have requested a page that does not exist. Or, the client browser may not have provided valid authentication information. IIS 7.0 uses the following client error HTTP status codes: 400 - Bad request. The request could not be understood by the server due to malformed syntax. The client should not repeat the request without modifications. IIS 7.0 defines the following HTTP status codes that indicate a more specific cause of a 503 error: 503.0 - Application pool unavailable. 503.2 - Concurrent request limit exceeded.

  • OData &ndash; The easiest service I can create: now with updates

    The other day I created a simple NastyWord service exposed via OData. It was read-only and used an in-memory backing store for the words. Today I’ll modify it to use a file instead of a list and I’ll accept new nasty words by implementing IUpdatable directly. The first thing to do is enable the service to accept new entries. SetValue – this is where the “Word” property of the NastyWord instance is set. SaveChanges – get the list of pending updates, barfing on duplicates, write them to the file and clear our pending list. ResolveResource – the newly created resource will be returned directly here since we aren’t dealing with “handles” to objects but the actual objects themselves. Not too bad, eh? I didn’t find this documented anywhere but a little bit of digging in the OData spec and use of Fiddler made it pretty easy to figure out.   • 405: Method Not Allowed WCF

    I can perfectly call a WCF web method from localhost. I published to this server: http://luiscarlosch.com/WebFormClean.aspx (only firefox or chrome) with the Visual Studio publishing tool and it works fine. The problem is when a try to access it from another computer. I get the 405: Method Not Allowed. But It doest make sense because It works fine when i access it remotely from the publisher computer as I said. Any idea? My forms builds correctly. The problem is that when I submit the form, a person record and an address record is created but they aren't linked via the address_id column in the Person table.   • How can I disable the "Do you want to allow this website to open a program on your computer?" warnin

    I've been playing with new URL monikers in Windows for a utility I'm working on. When I run the new URL from Start Run, it just runs. If I send the URL to myself via Notes or enter it into the IE address bar, I get a window which says: "Do you want to allow this website to open a program on your computer?" Program: UrlMonikerTest1 Address: urltest://ticket?param1=42&param2=Derf [CheckBox] Always ask before opening this type of address [Button] Allow [Button] Cancel Allowing web content to open a program can be useful, but it can potentially harm your computer. Do not allow it unless you trust the source of the content. What's the risk? Given that the utility will only run on internal machines to which it will be deployed using SCCM and to which I can apply Group Policy, can I disable this message for this application/URL moniker alone? The clients are currently XP. They will be Win7 at some point. We don't have to consider Vista.

If you’ve been putting off getting organized because the task is too huge or daunting, or you don’t know where to start, we’ve got 40 tips to get you on the path to zen mastery of your filing system. For all those readers who would like to get their files and folders organized, or, if they’re already organized, better organized—we have compiled a complete guide to getting organized and staying organized, a comprehensive article that will hopefully cover every possible tip you could want. Signs that Your Computer is Poorly Organized If your computer is a mess, you’re probably already aware of it.  But just in case you’re not, here are some tell-tale signs: Your Desktop has over 40 icons on it “My Documents” contains over 300 files and 60 folders, including MP3s and digital photos You use the Windows’ built-in search facility whenever you need to find a file You can’t find programs in the out-of-control list of programs in your Start Menu You save all your Word documents in one folder, all your spreadsheets in a second folder, etc Any given file that you’re looking for may be in any one of four different sets of folders But before we start, here are some quick notes: We’re going to assume you know what files and folders are, and how to create, save, rename, copy and delete them The organization principles described in this article apply equally to all computer systems.  However, the screenshots here will reflect how things look on Windows (usually Windows 7).  We will also mention some useful features of Windows that can help you get organized. Everyone has their own favorite methodology of organizing and filing, and it’s all too easy to get into “My Way is Better than Your Way” arguments.  The reality is that there is no perfect way of getting things organized.  When I wrote this article, I tried to keep a generalist and objective viewpoint.  I consider myself to be unusually well organized (to the point of obsession, truth be told), and I’ve had 25 years experience in collecting and organizing files on computers.  So I’ve got a lot to say on the subject.  But the tips I have described here are only one way of doing it.  Hopefully some of these tips will work for you too, but please don’t read this as any sort of “right” way to do it. At the end of the article we’ll be asking you, the reader, for your own organization tips. Why Bother Organizing At All? For some, the answer to this question is self-evident. And yet, in this era of powerful desktop search software (the search capabilities built into the Windows Vista and Windows 7 Start Menus, and third-party programs like Google Desktop Search), the question does need to be asked, and answered. I have a friend who puts every file he ever creates, receives or downloads into his My Documents folder and doesn’t bother filing them into subfolders at all.  He relies on the search functionality built into his Windows operating system to help him find whatever he’s looking for.  And he always finds it.  He’s a Search Samurai.  For him, filing is a waste of valuable time that could be spent enjoying life! It’s tempting to follow suit.  On the face of it, why would anyone bother to take the time to organize their hard disk when such excellent search software is available?  Well, if all you ever want to do with the files you own is to locate and open them individually (for listening, editing, etc), then there’s no reason to ever bother doing one scrap of organization.  But consider these common tasks that are not achievable with desktop search software: Find files manually.  Often it’s not convenient, speedy or even possible to utilize your desktop search software to find what you want.  It doesn’t work 100% of the time, or you may not even have it installed.  Sometimes its just plain faster to go straight to the file you want, if you know it’s in a particular sub-folder, rather than trawling through hundreds of search results. Find groups of similar files (e.g. all your “work” files, all the photos of your Europe holiday in 2008, all your music videos, all the MP3s from Dark Side of the Moon, all your letters you wrote to your wife, all your tax returns).  Clever naming of the files will only get you so far.  Sometimes it’s the date the file was created that’s important, other times it’s the file format, and other times it’s the purpose of the file.  How do you name a collection of files so that they’re easy to isolate based on any of the above criteria?  Short answer, you can’t. Move files to a new computer.  It’s time to upgrade your computer.  How do you quickly grab all the files that are important to you?  Or you decide to have two computers now – one for home and one for work.  How do you quickly isolate only the work-related files to move them to the work computer? Synchronize files to other computers.  If you have more than one computer, and you need to mirror some of your files onto the other computer (e.g. your music collection), then you need a way to quickly determine which files are to be synced and which are not.  Surely you don’t want to synchronize everything? Choose which files to back up.  If your backup regime calls for multiple backups, or requires speedy backups, then you’ll need to be able to specify which files are to be backed up, and which are not.  This is not possible if they’re all in the same folder. Finally, if you’re simply someone who takes pleasure in being organized, tidy and ordered (me! me!), then you don’t even need a reason.  Being disorganized is simply unthinkable. Tips on Getting Organized Here we present our 40 best tips on how to get organized.  Or, if you’re already organized, to get better organized. Tip #1.  Choose Your Organization System Carefully The reason that most people are not organized is that it takes time.  And the first thing that takes time is deciding upon a system of organization.  This is always a matter of personal preference, and is not something that a geek on a website can tell you.  You should always choose your own system, based on how your own brain is organized (which makes the assumption that your brain is, in fact, organized). We can’t instruct you, but we can make suggestions: You may want to start off with a system based on the users of the computer.  i.e. “My Files”, “My Wife’s Files”, My Son’s Files”, etc.  Inside “My Files”, you might then break it down into “Personal” and “Business”.  You may then realize that there are overlaps.  For example, everyone may want to share access to the music library, or the photos from the school play.  So you may create another folder called “Family”, for the “common” files. You may decide that the highest-level breakdown of your files is based on the “source” of each file.  In other words, who created the files.  You could have “Files created by ME (business or personal)”, “Files created by people I know (family, friends, etc)”, and finally “Files created by the rest of the world (MP3 music files, downloaded or ripped movies or TV shows, software installation files, gorgeous desktop wallpaper images you’ve collected, etc).”  This system happens to be the one I use myself.  See below:  Mark is for files created by meVC is for files created by my company (Virtual Creations)Others is for files created by my friends and familyData is the rest of the worldAlso, Settings is where I store the configuration files and other program data files for my installed software (more on this in tip #34, below). Each folder will present its own particular set of requirements for further sub-organization.  For example, you may decide to organize your music collection into sub-folders based on the artist’s name, while your digital photos might get organized based on the date they were taken.  It can be different for every sub-folder! Another strategy would be based on “currentness”.  Files you have yet to open and look at live in one folder.  Ones that have been looked at but not yet filed live in another place.  Current, active projects live in yet another place.  All other files (your “archive”, if you like) would live in a fourth folder. (And of course, within that last folder you’d need to create a further sub-system based on one of the previous bullet points). Put some thought into this – changing it when it proves incomplete can be a big hassle!  Before you go to the trouble of implementing any system you come up with, examine a wide cross-section of the files you own and see if they will all be able to find a nice logical place to sit within your system. Tip #2.  When You Decide on Your System, Stick to It! There’s nothing more pointless than going to all the trouble of creating a system and filing all your files, and then whenever you create, receive or download a new file, you simply dump it onto your Desktop.  You need to be disciplined – forever!  Every new file you get, spend those extra few seconds to file it where it belongs!  Otherwise, in just a month or two, you’ll be worse off than before – half your files will be organized and half will be disorganized – and you won’t know which is which! Tip #3.  Choose the Root Folder of Your Structure Carefully Every data file (document, photo, music file, etc) that you create, own or is important to you, no matter where it came from, should be found within one single folder, and that one single folder should be located at the root of your C: drive (as a sub-folder of C:\).  In other words, do not base your folder structure in standard folders like “My Documents”.  If you do, then you’re leaving it up to the operating system engineers to decide what folder structure is best for you.  And every operating system has a different system!  In Windows 7 your files are found in C:\Users\YourName, whilst on Windows XP it was C:\Documents and Settings\YourName\My Documents.  In UNIX systems it’s often /home/YourName. These standard default folders tend to fill up with junk files and folders that are not at all important to you.  “My Documents” is the worst offender.  Every second piece of software you install, it seems, likes to create its own folder in the “My Documents” folder.  These folders usually don’t fit within your organizational structure, so don’t use them!  In fact, don’t even use the “My Documents” folder at all.  Allow it to fill up with junk, and then simply ignore it.  It sounds heretical, but: Don’t ever visit your “My Documents” folder!  Remove your icons/links to “My Documents” and replace them with links to the folders you created and you care about! Create your own file system from scratch!  Probably the best place to put it would be on your D: drive – if you have one.  This way, all your files live on one drive, while all the operating system and software component files live on the C: drive – simply and elegantly separated.  The benefits of that are profound.  Not only are there obvious organizational benefits (see tip #10, below), but when it comes to migrate your data to a new computer, you can (sometimes) simply unplug your D: drive and plug it in as the D: drive of your new computer (this implies that the D: drive is actually a separate physical disk, and not a partition on the same disk as C:).  You also get a slight speed improvement (again, only if your C: and D: drives are on separate physical disks). Warning:  From tip #12, below, you will see that it’s actually a good idea to have exactly the same file system structure – including the drive it’s filed on – on all of the computers you own.  So if you decide to use the D: drive as the storage system for your own files, make sure you are able to use the D: drive on all the computers you own.  If you can’t ensure that, then you can still use a clever geeky trick to store your files on the D: drive, but still access them all via the C: drive (see tip #17, below). If you only have one hard disk (C:), then create a dedicated folder that will contain all your files – something like C:\Files.  The name of the folder is not important, but make it a single, brief word. There are several reasons for this: When creating a backup regime, it’s easy to decide what files should be backed up – they’re all in the one folder! If you ever decide to trade in your computer for a new one, you know exactly which files to migrate You will always know where to begin a search for any file If you synchronize files with other computers, it makes your synchronization routines very simple.   It also causes all your shortcuts to continue to work on the other machines (more about this in tip #24, below). Once you’ve decided where your files should go, then put all your files in there – Everything!  Completely disregard the standard, default folders that are created for you by the operating system (“My Music”, “My Pictures”, etc).  In fact, you can actually relocate many of those folders into your own structure (more about that below, in tip #6). The more completely you get all your data files (documents, photos, music, etc) and all your configuration settings into that one folder, then the easier it will be to perform all of the above tasks. Once this has been done, and all your files live in one folder, all the other folders in C:\ can be thought of as “operating system” folders, and therefore of little day-to-day interest for us. Here’s a screenshot of a nicely organized C: drive, where all user files are located within the \Files folder:   Tip #4.  Use Sub-Folders This would be our simplest and most obvious tip.  It almost goes without saying.  Any organizational system you decide upon (see tip #1) will require that you create sub-folders for your files.  Get used to creating folders on a regular basis. Tip #5.  Don’t be Shy About Depth Create as many levels of sub-folders as you need.  Don’t be scared to do so.  Every time you notice an opportunity to group a set of related files into a sub-folder, do so.  Examples might include:  All the MP3s from one music CD, all the photos from one holiday, or all the documents from one client. It’s perfectly okay to put files into a folder called C:\Files\Me\From Others\Services\WestCo Bank\Statements\2009.  That’s only seven levels deep.  Ten levels is not uncommon.  Of course, it’s possible to take this too far.  If you notice yourself creating a sub-folder to hold only one file, then you’ve probably become a little over-zealous.  On the other hand, if you simply create a structure with only two levels (for example C:\Files\Work) then you really haven’t achieved any level of organization at all (unless you own only six files!).  Your “Work” folder will have become a dumping ground, just like your Desktop was, with most likely hundreds of files in it. Tip #6.  Move the Standard User Folders into Your Own Folder Structure Most operating systems, including Windows, create a set of standard folders for each of its users.  These folders then become the default location for files such as documents, music files, digital photos and downloaded Internet files.  In Windows 7, the full list is shown below: Some of these folders you may never use nor care about (for example, the Favorites folder, if you’re not using Internet Explorer as your browser).  Those ones you can leave where they are.  But you may be using some of the other folders to store files that are important to you.  Even if you’re not using them, Windows will still often treat them as the default storage location for many types of files.  When you go to save a standard file type, it can become annoying to be automatically prompted to save it in a folder that’s not part of your own file structure. But there’s a simple solution:  Move the folders you care about into your own folder structure!  If you do, then the next time you go to save a file of the corresponding type, Windows will prompt you to save it in the new, moved location. Moving the folders is easy.  Simply drag-and-drop them to the new location.  Here’s a screenshot of the default My Music folder being moved to my custom personal folder (Mark): Tip #7.  Name Files and Folders Intelligently This is another one that almost goes without saying, but we’ll say it anyway:  Do not allow files to be created that have meaningless names like Document1.doc, or folders called New Folder (2).  Take that extra 20 seconds and come up with a meaningful name for the file/folder – one that accurately divulges its contents without repeating the entire contents in the name. Tip #8.  Watch Out for Long Filenames Another way to tell if you have not yet created enough depth to your folder hierarchy is that your files often require really long names.  If you need to call a file Johnson Sales Figures March 2009.xls (which might happen to live in the same folder as Abercrombie Budget Report 2008.xls), then you might want to create some sub-folders so that the first file could be simply called March.xls, and living in the Clients\Johnson\Sales Figures\2009 folder. A well-placed file needs only a brief filename! Tip #9.  Use Shortcuts!  Everywhere! This is probably the single most useful and important tip we can offer.  A shortcut allows a file to be in two places at once. Why would you want that?  Well, the file and folder structure of every popular operating system on the market today is hierarchical.  This means that all objects (files and folders) always live within exactly one parent folder.  It’s a bit like a tree.  A tree has branches (folders) and leaves (files).  Each leaf, and each branch, is supported by exactly one parent branch, all the way back to the root of the tree (which, incidentally, is exactly why C:\ is called the “root folder” of the C: drive). That hard disks are structured this way may seem obvious and even necessary, but it’s only one way of organizing data.  There are others:  Relational databases, for example, organize structured data entirely differently.  The main limitation of hierarchical filing structures is that a file can only ever be in one branch of the tree – in only one folder – at a time.  Why is this a problem?  Well, there are two main reasons why this limitation is a problem for computer users: The “correct” place for a file, according to our organizational rationale, is very often a very inconvenient place for that file to be located.  Just because it’s correctly filed doesn’t mean it’s easy to get to.  Your file may be “correctly” buried six levels deep in your sub-folder structure, but you may need regular and speedy access to this file every day.  You could always move it to a more convenient location, but that would mean that you would need to re-file back to its “correct” location it every time you’d finished working on it.  Most unsatisfactory. A file may simply “belong” in two or more different locations within your file structure.  For example, say you’re an accountant and you have just completed the 2009 tax return for John Smith.  It might make sense to you to call this file 2009 Tax Return.doc and file it under Clients\John Smith.  But it may also be important to you to have the 2009 tax returns from all your clients together in the one place.  So you might also want to call the file John Smith.doc and file it under Tax Returns\2009.  The problem is, in a purely hierarchical filing system, you can’t put it in both places.  Grrrrr! Fortunately, Windows (and most other operating systems) offers a way for you to do exactly that:  It’s called a “shortcut” (also known as an “alias” on Macs and a “symbolic link” on UNIX systems).  Shortcuts allow a file to exist in one place, and an icon that represents the file to be created and put anywhere else you please.  In fact, you can create a dozen such icons and scatter them all over your hard disk.  Double-clicking on one of these icons/shortcuts opens up the original file, just as if you had double-clicked on the original file itself. Consider the following two icons: The one on the left is the actual Word document, while the one on the right is a shortcut that represents the Word document.  Double-clicking on either icon will open the same file.  There are two main visual differences between the icons: The shortcut will have a small arrow in the lower-left-hand corner (on Windows, anyway) The shortcut is allowed to have a name that does not include the file extension (the “.docx” part, in this case) You can delete the shortcut at any time without losing any actual data.  The original is still intact.  All you lose is the ability to get to that data from wherever the shortcut was. So why are shortcuts so great?  Because they allow us to easily overcome the main limitation of hierarchical file systems, and put a file in two (or more) places at the same time.  You will always have files that don’t play nice with your organizational rationale, and can’t be filed in only one place.  They demand to exist in two places.  Shortcuts allow this!  Furthermore, they allow you to collect your most often-opened files and folders together in one spot for convenient access.  The cool part is that the original files stay where they are, safe forever in their perfectly organized location. So your collection of most often-opened files can – and should – become a collection of shortcuts! If you’re still not convinced of the utility of shortcuts, consider the following well-known areas of a typical Windows computer: The Start Menu (and all the programs that live within it) The Quick Launch bar (or the Superbar in Windows 7) The “Favorite folders” area in the top-left corner of the Windows Explorer window (in Windows Vista or Windows 7) Your Internet Explorer Favorites or Firefox Bookmarks Each item in each of these areas is a shortcut!  Each of those areas exist for one purpose only:  For convenience – to provide you with a collection of the files and folders you access most often. It should be easy to see by now that shortcuts are designed for one single purpose:  To make accessing your files more convenient.  Each time you double-click on a shortcut, you are saved the hassle of locating the file (or folder, or program, or drive, or control panel icon) that it represents. Shortcuts allow us to invent a golden rule of file and folder organization: “Only ever have one copy of a file – never have two copies of the same file.  Use a shortcut instead” (this rule doesn’t apply to copies created for backup purposes, of course!) There are also lesser rules, like “don’t move a file into your work area – create a shortcut there instead”, and “any time you find yourself frustrated with how long it takes to locate a file, create a shortcut to it and place that shortcut in a convenient location.” So how to we create these massively useful shortcuts?  There are two main ways: “Copy” the original file or folder (click on it and type Ctrl-C, or right-click on it and select Copy):  Then right-click in an empty area of the destination folder (the place where you want the shortcut to go) and select Paste shortcut: Right-drag (drag with the right mouse button) the file from the source folder to the destination folder.  When you let go of the mouse button at the destination folder, a menu pops up: Select Create shortcuts here. Note that when shortcuts are created, they are often named something like Shortcut to Budget Detail.doc (windows XP) or Budget Detail – Shortcut.doc (Windows 7).   If you don’t like those extra words, you can easily rename the shortcuts after they’re created, or you can configure Windows to never insert the extra words in the first place (see our article on how to do this). And of course, you can create shortcuts to folders too, not just to files! Bottom line: Whenever you have a file that you’d like to access from somewhere else (whether it’s convenience you’re after, or because the file simply belongs in two places), create a shortcut to the original file in the new location. Tip #10.  Separate Application Files from Data Files Any digital organization guru will drum this rule into you.  Application files are the components of the software you’ve installed (e.g. Microsoft Word, Adobe Photoshop or Internet Explorer).  Data files are the files that you’ve created for yourself using that software (e.g. Word Documents, digital photos, emails or playlists). Software gets installed, uninstalled and upgraded all the time.  Hopefully you always have the original installation media (or downloaded set-up file) kept somewhere safe, and can thus reinstall your software at any time.  This means that the software component files are of little importance.  Whereas the files you have created with that software is, by definition, important.  It’s a good rule to always separate unimportant files from important files. So when your software prompts you to save a file you’ve just created, take a moment and check out where it’s suggesting that you save the file.  If it’s suggesting that you save the file into the same folder as the software itself, then definitely don’t follow that suggestion.  File it in your own folder!  In fact, see if you can find the program’s configuration option that determines where files are saved by default (if it has one), and change it. Tip #11.  Organize Files Based on Purpose, Not on File Type If you have, for example a folder called Work\Clients\Johnson, and within that folder you have two sub-folders, Word Documents and Spreadsheets (in other words, you’re separating “.doc” files from “.xls” files), then chances are that you’re not optimally organized.  It makes little sense to organize your files based on the program that created them.  Instead, create your sub-folders based on the purpose of the file.  For example, it would make more sense to create sub-folders called Correspondence and Financials.  It may well be that all the files in a given sub-folder are of the same file-type, but this should be more of a coincidence and less of a design feature of your organization system. Tip #12.  Maintain the Same Folder Structure on All Your Computers In other words, whatever organizational system you create, apply it to every computer that you can.  There are several benefits to this: There’s less to remember.  No matter where you are, you always know where to look for your files If you copy or synchronize files from one computer to another, then setting up the synchronization job becomes very simple Shortcuts can be copied or moved from one computer to another with ease (assuming the original files are also copied/moved).  There’s no need to find the target of the shortcut all over again on the second computer Ditto for linked files (e.g Word documents that link to data in a separate Excel file), playlists, and any files that reference the exact file locations of other files. This applies even to the drive that your files are stored on.  If your files are stored on C: on one computer, make sure they’re stored on C: on all your computers.  Otherwise all your shortcuts, playlists and linked files will stop working! Tip #13.  Create an “Inbox” Folder Create yourself a folder where you store all files that you’re currently working on, or that you haven’t gotten around to filing yet.  You can think of this folder as your “to-do” list.  You can call it “Inbox” (making it the same metaphor as your email system), or “Work”, or “To-Do”, or “Scratch”, or whatever name makes sense to you.  It doesn’t matter what you call it – just make sure you have one! Once you have finished working on a file, you then move it from the “Inbox” to its correct location within your organizational structure. You may want to use your Desktop as this “Inbox” folder.  Rightly or wrongly, most people do.  It’s not a bad place to put such files, but be careful:  If you do decide that your Desktop represents your “to-do” list, then make sure that no other files find their way there.  In other words, make sure that your “Inbox”, wherever it is, Desktop or otherwise, is kept free of junk – stray files that don’t belong there. So where should you put this folder, which, almost by definition, lives outside the structure of the rest of your filing system?  Well, first and foremost, it has to be somewhere handy.  This will be one of your most-visited folders, so convenience is key.  Putting it on the Desktop is a great option – especially if you don’t have any other folders on your Desktop:  the folder then becomes supremely easy to find in Windows Explorer: You would then create shortcuts to this folder in convenient spots all over your computer (“Favorite Links”, “Quick Launch”, etc). Tip #14.  Ensure You have Only One “Inbox” Folder Once you’ve created your “Inbox” folder, don’t use any other folder location as your “to-do list”.  Throw every incoming or created file into the Inbox folder as you create/receive it.  This keeps the rest of your computer pristine and free of randomly created or downloaded junk.  The last thing you want to be doing is checking multiple folders to see all your current tasks and projects.  Gather them all together into one folder. Here are some tips to help ensure you only have one Inbox: Set the default “save” location of all your programs to this folder. Set the default “download” location for your browser to this folder. If this folder is not your desktop (recommended) then also see if you can make a point of not putting “to-do” files on your desktop.  This keeps your desktop uncluttered and Zen-like: (the Inbox folder is in the bottom-right corner) Tip #15.  Be Vigilant about Clearing Your “Inbox” Folder This is one of the keys to staying organized.  If you let your “Inbox” overflow (i.e. allow there to be more than, say, 30 files or folders in there), then you’re probably going to start feeling like you’re overwhelmed:  You’re not keeping up with your to-do list.  Once your Inbox gets beyond a certain point (around 30 files, studies have shown), then you’ll simply start to avoid it.  You may continue to put files in there, but you’ll be scared to look at it, fearing the “out of control” feeling that all overworked, chaotic or just plain disorganized people regularly feel. So, here’s what you can do: Visit your Inbox/to-do folder regularly (at least five times per day). Scan the folder regularly for files that you have completed working on and are ready for filing.  File them immediately. Make it a source of pride to keep the number of files in this folder as small as possible.  If you value peace of mind, then make the emptiness of this folder one of your highest (computer) priorities If you know that a particular file has been in the folder for more than, say, six weeks, then admit that you’re not actually going to get around to processing it, and move it to its final resting place. Tip #16.  File Everything Immediately, and Use Shortcuts for Your Active Projects As soon as you create, receive or download a new file, store it away in its “correct” folder immediately.  Then, whenever you need to work on it (possibly straight away), create a shortcut to it in your “Inbox” (“to-do”) folder or your desktop.  That way, all your files are always in their “correct” locations, yet you still have immediate, convenient access to your current, active files.  When you finish working on a file, simply delete the shortcut. Ideally, your “Inbox” folder – and your Desktop – should contain no actual files or folders.  They should simply contain shortcuts. Tip #17.  Use Directory Symbolic Links (or Junctions) to Maintain One Unified Folder Structure Using this tip, we can get around a potential hiccup that we can run into when creating our organizational structure – the issue of having more than one drive on our computer (C:, D:, etc).  We might have files we need to store on the D: drive for space reasons, and yet want to base our organized folder structure on the C: drive (or vice-versa). Your chosen organizational structure may dictate that all your files must be accessed from the C: drive (for example, the root folder of all your files may be something like C:\Files).  And yet you may still have a D: drive and wish to take advantage of the hundreds of spare Gigabytes that it offers.  Did you know that it’s actually possible to store your files on the D: drive and yet access them as if they were on the C: drive?  And no, we’re not talking about shortcuts here (although the concept is very similar). By using the shell command mklink, you can essentially take a folder that lives on one drive and create an alias for it on a different drive (you can do lots more than that with mklink – for a full rundown on this programs capabilities, see our dedicated article).  These aliases are called directory symbolic links (and used to be known as junctions).  You can think of them as “virtual” folders.  They function exactly like regular folders, except they’re physically located somewhere else. For example, you may decide that your entire D: drive contains your complete organizational file structure, but that you need to reference all those files as if they were on the C: drive, under C:\Files.  If that was the case you could create C:\Files as a directory symbolic link – a link to D:, as follows: mklink /d c:\files d:\ Or it may be that the only files you wish to store on the D: drive are your movie collection.  You could locate all your movie files in the root of your D: drive, and then link it to C:\Files\Media\Movies, as follows: mklink /d c:\files\media\movies d:\ (Needless to say, you must run these commands from a command prompt – click the Start button, type cmd and press Enter) Tip #18. Customize Your Folder Icons This is not strictly speaking an organizational tip, but having unique icons for each folder does allow you to more quickly visually identify which folder is which, and thus saves you time when you’re finding files.  An example is below (from my folder that contains all files downloaded from the Internet): To learn how to change your folder icons, please refer to our dedicated article on the subject. Tip #19.  Tidy Your Start Menu The Windows Start Menu is usually one of the messiest parts of any Windows computer.  Every program you install seems to adopt a completely different approach to placing icons in this menu.  Some simply put a single program icon.  Others create a folder based on the name of the software.  And others create a folder based on the name of the software manufacturer.  It’s chaos, and can make it hard to find the software you want to run. Thankfully we can avoid this chaos with useful operating system features like Quick Launch, the Superbar or pinned start menu items. Even so, it would make a lot of sense to get into the guts of the Start Menu itself and give it a good once-over.  All you really need to decide is how you’re going to organize your applications.  A structure based on the purpose of the application is an obvious candidate.  Below is an example of one such structure: In this structure, Utilities means software whose job it is to keep the computer itself running smoothly (configuration tools, backup software, Zip programs, etc).  Applications refers to any productivity software that doesn’t fit under the headings Multimedia, Graphics, Internet, etc. In case you’re not aware, every icon in your Start Menu is a shortcut and can be manipulated like any other shortcut (copied, moved, deleted, etc). With the Windows Start Menu (all version of Windows), Microsoft has decided that there be two parallel folder structures to store your Start Menu shortcuts.  One for you (the logged-in user of the computer) and one for all users of the computer.  Having two parallel structures can often be redundant:  If you are the only user of the computer, then having two parallel structures is totally redundant.  Even if you have several users that regularly log into the computer, most of your installed software will need to be made available to all users, and should thus be moved out of the “just you” version of the Start Menu and into the “all users” area. To take control of your Start Menu, so you can start organizing it, you’ll need to know how to access the actual folders and shortcut files that make up the Start Menu (both versions of it).  To find these folders and files, click the Start button and then right-click on the All Programs text (Windows XP users should right-click on the Start button itself): The Open option refers to the “just you” version of the Start Menu, while the Open All Users option refers to the “all users” version.  Click on the one you want to organize. A Windows Explorer window then opens with your chosen version of the Start Menu selected.  From there it’s easy.  Double-click on the Programs folder and you’ll see all your folders and shortcuts.  Now you can delete/rename/move until it’s just the way you want it. Note:  When you’re reorganizing your Start Menu, you may want to have two Explorer windows open at the same time – one showing the “just you” version and one showing the “all users” version.  You can drag-and-drop between the windows. Tip #20.  Keep Your Start Menu Tidy Once you have a perfectly organized Start Menu, try to be a little vigilant about keeping it that way.  Every time you install a new piece of software, the icons that get created will almost certainly violate your organizational structure. So to keep your Start Menu pristine and organized, make sure you do the following whenever you install a new piece of software: Check whether the software was installed into the “just you” area of the Start Menu, or the “all users” area, and then move it to the correct area. Remove all the unnecessary icons (like the “Read me” icon, the “Help” icon (you can always open the help from within the software itself when it’s running), the “Uninstall” icon, the link(s)to the manufacturer’s website, etc) Rename the main icon(s) of the software to something brief that makes sense to you.  For example, you might like to rename Microsoft Office Word 2010 to simply Word Move the icon(s) into the correct folder based on your Start Menu organizational structure And don’t forget:  when you uninstall a piece of software, the software’s uninstall routine is no longer going to be able to remove the software’s icon from the Start Menu (because you moved and/or renamed it), so you’ll need to remove that icon manually. Tip #21.  Tidy C:\ The root of your C: drive (C:\) is a common dumping ground for files and folders – both by the users of your computer and by the software that you install on your computer.  It can become a mess. There’s almost no software these days that requires itself to be installed in C:\.  99% of the time it can and should be installed into C:\Program Files.  And as for your own files, well, it’s clear that they can (and almost always should) be stored somewhere else. In an ideal world, your C:\ folder should look like this (on Windows 7): Note that there are some system files and folders in C:\ that are usually and deliberately “hidden” (such as the Windows virtual memory file pagefile.sys, the boot loader file bootmgr, and the System Volume Information folder).  Hiding these files and folders is a good idea, as they need to stay where they are and are almost never needed to be opened or even seen by you, the user.  Hiding them prevents you from accidentally messing with them, and enhances your sense of order and well-being when you look at your C: drive folder. Tip #22.  Tidy Your Desktop The Desktop is probably the most abused part of a Windows computer (from an organization point of view).  It usually serves as a dumping ground for all incoming files, as well as holding icons to oft-used applications, plus some regularly opened files and folders.  It often ends up becoming an uncontrolled mess.  See if you can avoid this.  Here’s why… Application icons (Word, Internet Explorer, etc) are often found on the Desktop, but it’s unlikely that this is the optimum place for them.  The “Quick Launch” bar (or the Superbar in Windows 7) is always visible and so represents a perfect location to put your icons.  You’ll only be able to see the icons on your Desktop when all your programs are minimized.  It might be time to get your application icons off your desktop… You may have decided that the Inbox/To-do folder on your computer (see tip #13, above) should be your Desktop.  If so, then enough said.  Simply be vigilant about clearing it and preventing it from being polluted by junk files (see tip #15, above).  On the other hand, if your Desktop is not acting as your “Inbox” folder, then there’s no reason for it to have any data files or folders on it at all, except perhaps a couple of shortcuts to often-opened files and folders (either ongoing or current projects).  Everything else should be moved to your “Inbox” folder. In an ideal world, it might look like this: Tip #23.  Move Permanent Items on Your Desktop Away from the Top-Left Corner When files/folders are dragged onto your desktop in a Windows Explorer window, or when shortcuts are created on your Desktop from Internet Explorer, those icons are always placed in the top-left corner – or as close as they can get.  If you have other files, folders or shortcuts that you keep on the Desktop permanently, then it’s a good idea to separate these permanent icons from the transient ones, so that you can quickly identify which ones the transients are.  An easy way to do this is to move all your permanent icons to the right-hand side of your Desktop.  That should keep them separated from incoming items. Tip #24.  Synchronize If you have more than one computer, you’ll almost certainly want to share files between them.  If the computers are permanently attached to the same local network, then there’s no need to store multiple copies of any one file or folder – shortcuts will suffice.  However, if the computers are not always on the same network, then you will at some point need to copy files between them.  For files that need to permanently live on both computers, the ideal way to do this is to synchronize the files, as opposed to simply copying them. We only have room here to write a brief summary of synchronization, not a full article.  In short, there are several different types of synchronization: Where the contents of one folder are accessible anywhere, such as with Dropbox Where the contents of any number of folders are accessible anywhere, such as with Windows Live Mesh Where any files or folders from anywhere on your computer are synchronized with exactly one other computer, such as with the Windows “Briefcase”, Microsoft SyncToy, or (much more powerful, yet still free) SyncBack from 2BrightSparks.  This only works when both computers are on the same local network, at least temporarily. A great advantage of synchronization solutions is that once you’ve got it configured the way you want it, then the sync process happens automatically, every time.  Click a button (or schedule it to happen automatically) and all your files are automagically put where they’re supposed to be. If you maintain the same file and folder structure on both computers, then you can also sync files depend upon the correct location of other files, like shortcuts, playlists and office documents that link to other office documents, and the synchronized files still work on the other computer! Tip #25.  Hide Files You Never Need to See If you have your files well organized, you will often be able to tell if a file is out of place just by glancing at the contents of a folder (for example, it should be pretty obvious if you look in a folder that contains all the MP3s from one music CD and see a Word document in there).  This is a good thing – it allows you to determine if there are files out of place with a quick glance.  Yet sometimes there are files in a folder that seem out of place but actually need to be there, such as the “folder art” JPEGs in music folders, and various files in the root of the C: drive.  If such files never need to be opened by you, then a good idea is to simply hide them.  Then, the next time you glance at the folder, you won’t have to remember whether that file was supposed to be there or not, because you won’t see it at all! To hide a file, simply right-click on it and choose Properties: Then simply tick the Hidden tick-box:   Tip #26.  Keep Every Setup File These days most software is downloaded from the Internet.  Whenever you download a piece of software, keep it.  You’ll never know when you need to reinstall the software. Further, keep with it an Internet shortcut that links back to the website where you originally downloaded it, in case you ever need to check for updates. See tip #33 below for a full description of the excellence of organizing your setup files. Tip #27.  Try to Minimize the Number of Folders that Contain Both Files and Sub-folders Some of the folders in your organizational structure will contain only files.  Others will contain only sub-folders.  And you will also have some folders that contain both files and sub-folders.  You will notice slight improvements in how long it takes you to locate a file if you try to avoid this third type of folder.  It’s not always possible, of course – you’ll always have some of these folders, but see if you can avoid it. One way of doing this is to take all the leftover files that didn’t end up getting stored in a sub-folder and create a special “Miscellaneous” or “Other” folder for them. Tip #28.  Starting a Filename with an Underscore Brings it to the Top of a List Further to the previous tip, if you name that “Miscellaneous” or “Other” folder in such a way that its name begins with an underscore “_”, then it will appear at the top of the list of files/folders. The screenshot below is an example of this.  Each folder in the list contains a set of digital photos.  The folder at the top of the list, _Misc, contains random photos that didn’t deserve their own dedicated folder: Tip #29.  Clean Up those CD-ROMs and (shudder!) Floppy Disks Have you got a pile of CD-ROMs stacked on a shelf of your office?  Old photos, or files you archived off onto CD-ROM (or even worse, floppy disks!) because you didn’t have enough disk space at the time?  In the meantime have you upgraded your computer and now have 500 Gigabytes of space you don’t know what to do with?  If so, isn’t it time you tidied up that stack of disks and filed them into your gorgeous new folder structure? So what are you waiting for?  Bite the bullet, copy them all back onto your computer, file them in their appropriate folders, and then back the whole lot up onto a shiny new 1000Gig external hard drive! Useful Folders to Create This next section suggests some useful folders that you might want to create within your folder structure.  I’ve personally found them to be indispensable. The first three are all about convenience – handy folders to create and then put somewhere that you can always access instantly.  For each one, it’s not so important where the actual folder is located, but it’s very important where you put the shortcut(s) to the folder.  You might want to locate the shortcuts: On your Desktop In your “Quick Launch” area (or pinned to your Windows 7 Superbar) In your Windows Explorer “Favorite Links” area Tip #30.  Create an “Inbox” (“To-Do”) Folder This has already been mentioned in depth (see tip #13), but we wanted to reiterate its importance here.  This folder contains all the recently created, received or downloaded files that you have not yet had a chance to file away properly, and it also may contain files that you have yet to process.  In effect, it becomes a sort of “to-do list”.  It doesn’t have to be called “Inbox” – you can call it whatever you want. Tip #31.  Create a Folder where Your Current Projects are Collected Rather than going hunting for them all the time, or dumping them all on your desktop, create a special folder where you put links (or work folders) for each of the projects you’re currently working on. You can locate this folder in your “Inbox” folder, on your desktop, or anywhere at all – just so long as there’s a way of getting to it quickly, such as putting a link to it in Windows Explorer’s “Favorite Links” area: Tip #32.  Create a Folder for Files and Folders that You Regularly Open You will always have a few files that you open regularly, whether it be a spreadsheet of your current accounts, or a favorite playlist.  These are not necessarily “current projects”, rather they’re simply files that you always find yourself opening.  Typically such files would be located on your desktop (or even better, shortcuts to those files).  Why not collect all such shortcuts together and put them in their own special folder? As with the “Current Projects” folder (above), you would want to locate that folder somewhere convenient.  Below is an example of a folder called “Quick links”, with about seven files (shortcuts) in it, that is accessible through the Windows Quick Launch bar: See tip #37 below for a full explanation of the power of the Quick Launch bar. Tip #33.  Create a “Set-ups” Folder A typical computer has dozens of applications installed on it.  For each piece of software, there are often many different pieces of information you need to keep track of, including: The original installation setup file(s).  This can be anything from a simple 100Kb setup.exe file you downloaded from a website, all the way up to a 4Gig ISO file that you copied from a DVD-ROM that you purchased. The home page of the software manufacturer (in case you need to look up something on their support pages, their forum or their online help) The page containing the download link for your actual file (in case you need to re-download it, or download an upgraded version) The serial number Your proof-of-purchase documentation Any other template files, plug-ins, themes, etc that also need to get installed For each piece of software, it’s a great idea to gather all of these files together and put them in a single folder.  The folder can be the name of the software (plus possibly a very brief description of what it’s for – in case you can’t remember what the software does based in its name).  Then you would gather all of these folders together into one place, and call it something like “Software” or “Setups”. If you have enough of these folders (I have several hundred, being a geek, collected over 20 years), then you may want to further categorize them.  My own categorization structure is based on “platform” (operating system): The last seven folders each represents one platform/operating system, while _Operating Systems contains set-up files for installing the operating systems themselves.  _Hardware contains ROMs for hardware I own, such as routers. Within the Windows folder (above), you can see the beginnings of the vast library of software I’ve compiled over the years: An example of a typical application folder looks like this: Tip #34.  Have a “Settings” Folder We all know that our documents are important.  So are our photos and music files.  We save all of these files into folders, and then locate them afterwards and double-click on them to open them.  But there are many files that are important to us that can’t be saved into folders, and then searched for and double-clicked later on.  These files certainly contain important information that we need, but are often created internally by an application, and saved wherever that application feels is appropriate. A good example of this is the “PST” file that Outlook creates for us and uses to store all our emails, contacts, appointments and so forth.  Another example would be the collection of Bookmarks that Firefox stores on your behalf. And yet another example would be the customized settings and configuration files of our all our software.  Granted, most Windows programs store their configuration in the Registry, but there are still many programs that use configuration files to store their settings. Imagine if you lost all of the above files!  And yet, when people are backing up their computers, they typically only back up the files they know about – those that are stored in the “My Documents” folder, etc.  If they had a hard disk failure or their computer was lost or stolen, their backup files would not include some of the most vital files they owned.  Also, when migrating to a new computer, it’s vital to ensure that these files make the journey. It can be a very useful idea to create yourself a folder to store all your “settings” – files that are important to you but which you never actually search for by name and double-click on to open them.  Otherwise, next time you go to set up a new computer just the way you want it, you’ll need to spend hours recreating the configuration of your previous computer! So how to we get our important files into this folder?  Well, we have a few options: Some programs (such as Outlook and its PST files) allow you to place these files wherever you want.  If you delve into the program’s options, you will find a setting somewhere that controls the location of the important settings files (or “personal storage” – PST – when it comes to Outlook) Some programs do not allow you to change such locations in any easy way, but if you get into the Registry, you can sometimes find a registry key that refers to the location of the file(s).  Simply move the file into your Settings folder and adjust the registry key to refer to the new location. Some programs stubbornly refuse to allow their settings files to be placed anywhere other then where they stipulate.  When faced with programs like these, you have three choices:  (1) You can ignore those files, (2) You can copy the files into your Settings folder (let’s face it – settings don’t change very often), or (3) you can use synchronization software, such as the Windows Briefcase, to make synchronized copies of all your files in your Settings folder.  All you then have to do is to remember to run your sync software periodically (perhaps just before you run your backup software!). There are some other things you may decide to locate inside this new “Settings” folder: Exports of registry keys (from the many applications that store their configurations in the Registry).  This is useful for backup purposes or for migrating to a new computer Notes you’ve made about all the specific customizations you have made to a particular piece of software (so that you’ll know how to do it all again on your next computer) Shortcuts to webpages that detail how to tweak certain aspects of your operating system or applications so they are just the way you like them (such as how to remove the words “Shortcut to” from the beginning of newly created shortcuts).  In other words, you’d want to create shortcuts to half the pages on the How-To Geek website! Here’s an example of a “Settings” folder: Windows Features that Help with Organization This section details some of the features of Microsoft Windows that are a boon to anyone hoping to stay optimally organized. Tip #35.  Use the “Favorite Links” Area to Access Oft-Used Folders Once you’ve created your great new filing system, work out which folders you access most regularly, or which serve as great starting points for locating the rest of the files in your folder structure, and then put links to those folders in your “Favorite Links” area of the left-hand side of the Windows Explorer window (simply called “Favorites” in Windows 7):   Some ideas for folders you might want to add there include: Your “Inbox” folder (or whatever you’ve called it) – most important! The base of your filing structure (e.g. C:\Files) A folder containing shortcuts to often-accessed folders on other computers around the network (shown above as Network Folders) A folder containing shortcuts to your current projects (unless that folder is in your “Inbox” folder) Getting folders into this area is very simple – just locate the folder you’re interested in and drag it there! Tip #36.  Customize the Places Bar in the File/Open and File/Save Boxes Consider the screenshot below: The highlighted icons (collectively known as the “Places Bar”) can be customized to refer to any folder location you want, allowing instant access to any part of your organizational structure. Note:  These File/Open and File/Save boxes have been superseded by new versions that use the Windows Vista/Windows 7 “Favorite Links”, but the older versions (shown above) are still used by a surprisingly large number of applications. The easiest way to customize these icons is to use the Group Policy Editor, but not everyone has access to this program.  If you do, open it up and navigate to: User Configuration > Administrative Templates > Windows Components > Windows Explorer > Common Open File Dialog If you don’t have access to the Group Policy Editor, then you’ll need to get into the Registry.  Navigate to: HKEY_CURRENT_USER \ Software \ Microsoft  \ Windows \ CurrentVersion \ Policies \ comdlg32 \ Placesbar It should then be easy to make the desired changes.  Log off and log on again to allow the changes to take effect. Tip #37.  Use the Quick Launch Bar as a Application and File Launcher That Quick Launch bar (to the right of the Start button) is a lot more useful than people give it credit for.  Most people simply have half a dozen icons in it, and use it to start just those programs.  But it can actually be used to instantly access just about anything in your filing system: For complete instructions on how to set this up, visit our dedicated article on this topic. Tip #38.  Put a Shortcut to Windows Explorer into Your Quick Launch Bar This is only necessary in Windows Vista and Windows XP.  The Microsoft boffins finally got wise and added it to the Windows 7 Superbar by default. Windows Explorer – the program used for managing your files and folders – is one of the most useful programs in Windows.  Anyone who considers themselves serious about being organized needs instant access to this program at any time.  A great place to create a shortcut to this program is in the Windows XP and Windows Vista “Quick Launch” bar: To get it there, locate it in your Start Menu (usually under “Accessories”) and then right-drag it down into your Quick Launch bar (and create a copy). Tip #39.  Customize the Starting Folder for Your Windows 7 Explorer Superbar Icon If you’re on Windows 7, your Superbar will include a Windows Explorer icon.  Clicking on the icon will launch Windows Explorer (of course), and will start you off in your “Libraries” folder.  Libraries may be fine as a starting point, but if you have created yourself an “Inbox” folder, then it would probably make more sense to start off in this folder every time you launch Windows Explorer. To change this default/starting folder location, then first right-click the Explorer icon in the Superbar, and then right-click Properties:Then, in Target field of the Windows Explorer Properties box that appears, type %windir%\explorer.exe followed by the path of the folder you wish to start in.  For example: %windir%\explorer.exe C:\Files If that folder happened to be on the Desktop (and called, say, “Inbox”), then you would use the following cleverness: %windir%\explorer.exe shell:desktop\Inbox Then click OK and test it out. Tip #40.  Ummmmm…. No, that’s it.  I can’t think of another one.  That’s all of the tips I can come up with.  I only created this one because 40 is such a nice round number… Case Study – An Organized PC To finish off the article, I have included a few screenshots of my (main) computer (running Vista).  The aim here is twofold: To give you a sense of what it looks like when the above, sometimes abstract, tips are applied to a real-life computer, and To offer some ideas about folders and structure that you may want to steal to use on your own PC. Let’s start with the C: drive itself.  Very minimal.  All my files are contained within C:\Files.  I’ll confine the rest of the case study to this folder: That folder contains the following: Mark: My personal files VC: My business (Virtual Creations, Australia) Others contains files created by friends and family Data contains files from the rest of the world (can be thought of as “public” files, usually downloaded from the Net) Settings is described above in tip #34 The Data folder contains the following sub-folders: Audio:  Radio plays, audio books, podcasts, etc Development:  Programmer and developer resources, sample source code, etc (see below) Humour:  Jokes, funnies (those emails that we all receive) Movies:  Downloaded and ripped movies (all legal, of course!), their scripts, DVD covers, etc. Music:  (see below) Setups:  Installation files for software (explained in full in tip #33) System:  (see below) TV:  Downloaded TV shows Writings:  Books, instruction manuals, etc (see below) The Music folder contains the following sub-folders: Album covers:  JPEG scans Guitar tabs:  Text files of guitar sheet music Lists:  e.g. “Top 1000 songs of all time” Lyrics:  Text files MIDI:  Electronic music files MP3 (representing 99% of the Music folder):  MP3s, either ripped from CDs or downloaded, sorted by artist/album name Music Video:  Video clips Sheet Music:  usually PDFs The Data\Writings folder contains the following sub-folders: (all pretty self-explanatory) The Data\Development folder contains the following sub-folders: Again, all pretty self-explanatory (if you’re a geek) The Data\System folder contains the following sub-folders: These are usually themes, plug-ins and other downloadable program-specific resources. The Mark folder contains the following sub-folders: From Others:  Usually letters that other people (friends, family, etc) have written to me For Others:  Letters and other things I have created for other people Green Book:  None of your business Playlists:  M3U files that I have compiled of my favorite songs (plus one M3U playlist file for every album I own) Writing:  Fiction, philosophy and other musings of mine Mark Docs:  Shortcut to C:\Users\Mark Settings:  Shortcut to C:\Files\Settings\Mark The Others folder contains the following sub-folders: The VC (Virtual Creations, my business – I develop websites) folder contains the following sub-folders: And again, all of those are pretty self-explanatory.   • Solution: Testing Web Services with MSTest on Team Build

    Guess what. About 20 minutes after I fixed the build, Allan broke it again! Update: 4th March 2010 – After having huge problems getting this working I read Billy Wang’s post which showed me the light. The problem here is that even though the test passes locally it will not during an Automated Build. When you send your tests to the build server it does not understand that you want to spin up the web site and run tests against that! When you run the test in Visual Studio it spins up the web site anyway, but would you expect your test to pass if you told the website not to spin up? Of course not. So, when you send the code to the build server you need to tell it what to spin up. First, the best way to get the parameters you need is to right click on the method you want to test and select “Create Unit Test”. This will detect wither you are running in IIS or ASP.NET Development Server or None, and create the relevant tags. Figure: Right clicking on “SaveDefaultProjectFile” will produce a context menu with “Create Unit tests…” on it. HostType – This attribute specified what host to use. Its an extensibility point, so you could write your own. Or you could just use “ASP.NET”. UrlToTest – This specifies the start URL. For most tests it does not matter which page you call, as long as it is a valid page otherwise your test may not run on the server, but may pass anyway. AspNetDevelopmentServerHost – This is a nasty one, it is only used if you are using ASP.NET Development Host and is unnecessary if you are using IIS. This sets the host settings and the first value MUST be the physical path to the root of your web application. OK, so all that was rubbish and I could not get anything working using the MSDN documentation. Google provided very little help until I ran into Billy Wang’s post  and I heard that heavenly music that all developers hear when understanding dawns that what they have been doing up until now is just plain stupid. I am sure that the above will work when I am doing Web Unit Tests, but there is a much easier way when doing web services. You need to add the AspNetDevelopmentServer attribute to your code. This will tell MSTest to spin up an ASP.NET Development server to host the service. Specify the path to the web application you want to use. [AspNetDevelopmentServer("WebApp1", "D:\\Workspaces\\SSW\\SSW\\SqlDeploy\\DEV\\Main\\SSW.SQLDeploy.SilverlightUI.Web")] [DeploymentItem("SSW.SQLDeploy.SilverlightUI.Web.dll")] [TestMethod] public void ProfileService_Integration_SaveDefaultProjectFile_Returns_True() { ProfileServiceClient target = new ProfileServiceClient(); bool isTrue = target.SaveDefaultProjectFile("Mav"); Assert.AreEqual(true, isTrue); } Figure: This AspNetDevelopmentServer will make sure that the specified web application is launched. Now we can run the test and have it pass, but if the dynamically assigned ASP.NET Development server port changes what happens to the details in your app.config that was generated when creating a reference to the web service? Well, it would be wrong and the test would fail. This is where Billy’s helper method comes in. We can now add a call to this method after we created the Proxy object and change the Endpoint for the Service to the correct one. This process is wrapped in an assert as if it fails there is no point in continuing. As you can imagine AspNetDevelopmentServer poses some problems of you have multiple developers. What are the chances of everyone using the same location to store the source? What about if you are using a build server, how do you tell MSTest where to look for the files? To the rescue is a property called" “%PathToWebRoot%” which is always right on the build server. It will always point to your build drop folder for your solutions web sites. Which will be “\\tfs.ssw.com.au\BuildDrop\[BuildName]\Debug\_PrecompiledWeb\” or whatever your build drop location is. So lets change the code above to add this. Now we have another problem… this will ONLY run on the build server and will fail locally as %PathToWebRoot%’s default value is “C:\Users\[profile]\Documents\Visual Studio 2010\Projects”. Well this sucks… How do we get the test to run on any build server and any developer laptop. Open “Tools | Options | Test Tools | Test Execution” in Visual Studio and you will see a field called “Web application root directory”. This is where you override that default above. This is not ideal, but as you can put your projects anywhere on a computer, it has to be done.   • What is the Oracle Utilities Application Framework?

    The Oracle Utilities Application Framework is a reusable, scalable and flexible java based framework which allows other products to be built, configured and implemented in a standard way. Note: Even though the Framework is built in java it can be integrated with COBOL based extensions for backward compatibility. When Oracle Utilities Customer Care & Billing was migrated from V1 to V2, it was decided that the technical aspects of that product be separated to allow for reuse and independence from technical issues. The idea was that all the technical aspects would be concentrated in this separate product (i.e. a framework) and allow all products using the framework to concentrate on delivering superior functionality. The product was named the Oracle Utilities Application Framework (oufw is the product code). The technical components are contained in the Oracle Utilities Application Framework which can be summarized as follows: Metadata - The Oracle Utilities Application Framework is responsible for defining and using the metadata to define the runtime behavior of the product. All the metadata definition and management is contained within the Oracle Utilities Application Framework. UI Management - The Oracle Utilities Application Framework is responsible for defining and rendering the pages and responsible for ensuring the pages are in the appropriate format for the locale. Integration - The Oracle Utilities Application Framework is responsible for providing the integration points to the architecture.   • IIS SSL Certificate Renewal Pain

    I’m in the middle of my annual certificate renewal for the West Wind site and I can honestly say that I hate IIS’s certificate system.  When it works it’s fine, but when it doesn’t man can it be a pain. Because I deal with public certificates on my site merely once a year, and you have to perform the certificate dance just the right way, I seem to run into some sort of trouble every year, thinking that Microsoft surely must have addressed the issues I ran into previously – HA! Not so. Don’t ever use the Renew Certificate Feature in IIS! The first rule that I should have never forgotten is that certificate renewals in IIS (7 is what I’m using but I think it’s no different in 7.5 and 8), simply don’t work if you’re submitting to get a public certificate from a certificate authority. I use DNSimple for my DNS domain management and SSL certificates because they provide ridiculously easy domain management and good prices for SSL certs – especially wildcard certificates, which is what I use on west-wind.com. Certificates in IIS can be found pegged to the machine root. If you go into the IIS Manager, go to the machine root the tree and then click on certificates and you then get various certificate options: Both of these options create a new Certificate request (CSR), which is just a text file. But if you’re silly enough like me to click on the Renew button on your old certificate, you’ll find that you end up generating a very long Certificate Request that looks nothing like the original certificate request and the format that’s used for this is not accepted by most certificate authorities. While I’m not sure exactly what the problem is, it simply looks like IIS is respecting none of your original certificate bit size choices and is generating a huge certificate request that is 3 times the size of a ‘normal’ certificate request. The end result is (and I’ve done this at least twice now) is that the certificate processor is likely to fail processing those renewals. Always create a new Certificate While it’s a little more work and you have to remember how to fill out the certificate request properly, this is the safe way to make sure your certificate generates properly. First comes the Distinguished Name Properties dialog: Ah yes you have to love the nomenclature of this stuff. Distinguished name, Common name – WTF is a common name? It doesn’t look common to me! Make sure this form gets filled out correctly. Common NameThis is the domain name of the Web site. In my case I’m creating a wildcard certificate so I’m using the * prefix. If you’re purchasing a certificate for a specific domain use www.west-wind.com or store.west-wind.com for example. Make sure this matches the EXACT domain you’re trying to use secure access on because that’s all the certificate is going to work on unless you get a wildcard certificate. Organization Is the name of your company or organization. Depending on the kind of certificate you purchase this name will show up on your certificate. Most low end SSL certificates (ie. those that cost under $100 for single domains) don’t list the organization, the higher signature certificates that also require extensive validation by the cert authority do. Regardless you should make sure this matches the right company/organization. Organizational Unit This can be anything. Not really sure what this is for, but traditionally I’ve always set this to Web because – well this is a Web thing after all right? I’ve never seen this used anywhere that I can tell other than to internally reference the cert. State and CountryPretty obvious. Should reflect the location of the business/organization/person or site.   Next you have to configure the bit size used for the certificate: The default on this dialog is 1024, but I’ve found that most providers these days request a minimum bit length of 2048, as did my DNSimple provider. Again check with the provider when you submit to make sure. Bit length mismatches can cause problems if you use a size that isn’t supported by the provider. I had that happen last year when I submitted my CSR and it got rejected quite a bit later, when the certs usually are issued within an hour or less. And it didn’t work. IIS creates a custom CSR that is encoded in a format that no certificate authority I’ve ever used uses. If you want the gory details of what’s in there look at this ServerFault question (thanks to Mika in the comments). In the end it doesn’t matter  though – no certificate authority knows what to do with this CSR. So create a new CSR and skip the renewal. Always! Use the same Server Keep in mind that on IIS at least you should always create your certificate on a single server and then when you receive the final certificate from your provider import it on that server. IIS tracks the CSR it created and requires it in order to import the final certificate properly. So if for some reason you try to install the certificate on another server, it won’t work. I’ve also run into trouble trying to install the same certificate twice – this time around I didn’t give my certificate the proper friendly name and IIS failed to allow me to assign the certificate to any of my Web sites. So I removed the certificate and tried to import again, only to find it failed the second time around. There are other ways to fix this, but in my case I had to have the certificate re-issued to work – not what you want to do. Regardless of what you do though, when you import make sure you do it right the first time by crossing all your t’s and dotting your i's– it’ll save you a lot of grief! You don’t actually have to use the server that the certificate gets installed on to generate the CSR and first install it, but it is generally a good idea to do so just so you can get the certificate installed into the right place right away. If you have access to the server where you need to install the certificate you might as well use it. But you can use another machine to generated the and install the certificate, then export the certificate and move it to another machine as needed. So you can use your Dev machine to create a certificate then export it and install it on a live server. More on installation and back up/export later. Installing the Certificate Once you’ve submitted a CSR request your provider will process the request and eventually issue you a new final certificate that contains another text file with the final key to import into your certificate store. IIS does this by combining the content in your certificate request with the original CSR. If all goes well your new certificate shows up in the certificate list and you’re ready to assign the certificate to your sites. Make sure you use a friendly name that matches domain name of your site. So use *.mysite.com or www.mysite.com or store.mysite.com to ensure IIS recognizes the certificate. I made the mistake of not naming my friendly name this way and found that IIS was unable to link my sites to my wildcard certificate. It needed to have the *. as part of the certificate otherwise the Hostname input field was blanked out. Changing the Friendly Name If you by accidentally used an invalid friendly name you can change it later in the Windows certificate store. Bring up a Run Box Type MMC File | Add/Remove Snap In Add Certificates | Computer Account | Local Computer Drill into Certificates | Personal | Certificates Find your Certificate | Right Click | Properties Edit the Friendly Name | Click OK Backing up your Certificate The first thing you should do once your certificate is successfully installed is to back it up! In case your server crashes or you otherwise lose your configuration this will ensure you have an easy way to recover and reinstall your certificate either on the same server or a different one. If you’re running a server farm or using a wildcard certificate you also need to get the certificate onto other machines and a PFX file import is the easiest way to do this. To back up your certificate select your certificate and choose Export from the context or sidebar menu: The Export Certificate option allows you to export a password protected binary file that you can import in a single step. You can copy the resulting binary PFX file to back up or copy to other machines to install on. Importing the certificate on another machine is as easy as pointing at the PFX file and specifying the password. IIS handles the rest. Assigning a new certificate to your Site Once you have the new certificate installed, all that’s left to do is assign it to your site. In IIS select your Web site and bring up the Site Bindings from the right sidebar. Add a new binding for https, bind it to port 443, specify your hostname and pick the certificate from the pick list. If you’re using a root site make sure to set up your certificate for www.yoursite.com and also for yoursite.com so that both work properly with SSL. Note that you need to explicitly configure each hostname for a certificate if you plan to use SSL. Luckily if you update your SSL certificate in the following year, IIS prompts you and asks whether you like to update all other sites that are using the existing cert to the newer cert. And you’re done. So what’s the Pain? So, all of this is old hat and it doesn’t look all that bad right? So what’s the pain here? Well if you follow the instructions and do everything right, then the process is about as straight forward as you would expect it to be. You create a cert request, you import it and assign it to your sites. That’s the basic steps and to be perfectly fair it works well – if nothing goes wrong. However, renewing tends to be the problem. The first unintuitive issue is that you simply shouldn’t renew but create a new CSR and generate your new certificate from that. Over the years I’ve fallen prey to the belief that Microsoft eventually will fix this so that the renewal creates the same type of CSR as the old cert, but apparently that will just never happen. Booo! The other problem I ran into is that I accidentally misnamed my imported certificate which in turn set off a chain of events that caused my originally issued certificate to become uninstallable. When I received my completed certificate I installed it and it installed just fine, but the friendly name was wrong. As a result IIS refused to assign the certificate to any of my host headered sites. That’s strike number one. Why the heck should the friendly name have any effect on the ability to attach the certificate??? Next I uninstalled the certificate because I figured that would be the easiest way to make sure I get it right. But I found that I could not reinstall my certificate. I kept getting these stop errors: "ASN1 bad tag value met" that would prevent the installation from completion. After searching around for this error and reading countless long messages on forums, I found that this error supposedly does not actually mean the install failed, but the list wouldn’t refresh. Commodo has this to say: Note: There is a known issue in IIS 7 giving the following error: "Cannot find the certificate request associated with this certificate file. A certificate request must be completed on the computer where it was created." You may also receive a message stating "ASN1 bad tag value met". If this is the same server that you generated the CSR on then, in most cases, the certificate is actually installed. Simply cancel the dialog and press "F5" to refresh the list of server certificates. If the new certificate is now in the list, you can continue with the next step. If it is not in the list, you will need to reissue your certificate using a new CSR (see our CSR creation instructions for IIS 7). After creating a new CSR, login to your Comodo account and click the 'replace' button for your certificate. Not sure if this issue is fixed in IIS 8 but that’s an insane bug to have crop up. As it turns out, in my case the refresh didn’t work and the certificate didn’t show up in the IIS list after the reinstall. In fact when looking at the certificate store I could see my certificate was installed in the right place, but the private key is missing which is most likely why IIS is not picking it up. It looks like IIS could not match the final cert to the original CSR generated. But again some sort of message to that affect might be helpful instead of ASN1 bad tag value met. Recovering the Private Key So it turns out my original problem was that I received the published key, but when I imported the private key was missing. There’s a relatively easy way to recover from this. If your certificate doesn’t show up in IIS check in the certificate store for the local machine (see steps above on how to bring this up). If you look at the certificate in Certificates/Personal/Certificates make sure you see the key as shown in the image below: if the key is missing it means that the certificate is missing the private key most likely. To fix a certificate you can do the following: Double click the certificate Go to the Details Tab Copy down the Serial number You can copy the serial number from the area blurred out above. The serial number will be in a format like ?00 a7 9b a1 a4 9d 91 63 57 d6 9f 26 b8 ee 79 b5 cb and you’ll need to strip out the spaces in order to use it in the next step. Next open up an Administrative command prompt and issue the following command: certutil -repairstore my 00a79ba1a49d916357d69f26b8ee79b5cb You should get a confirmation message that the repair worked. If you now go back to the certificate store you should now see the key icon show up on the certificate. Your certificate is fixed. Now go back into IIS Manager and refresh the list of certificates and if all goes well you should see all the certificates that showed in the cert store now: Remember – back up the key first then map to your site… Summary I deal with a lot of customers who run their own IIS servers, and I can’t tell you how often I hear about botched SSL installations. When I posted some of my issues on Twitter yesterday I got a hell storm of “me too” responses. I’m clearly not the only one, who’s run into this especially with renewals. I feel pretty comfortable with IIS configuration and I do a lot of it for support purposes, but the SSL configuration is one that never seems to go seamlessly. This blog post is meant as reminder to myself to read next time I do a renewal. So I can dot my i's and dash my t’s before I get caught in the mess I’m dealing with today.   • “Being Agile” Means No Documentation, Right?

    Ask most software professionals what Agile is and they’ll probably start talking about flexibility and delivering what the customer wants.  Some may even mention the word “iterations”.  But inevitably, they’ll say at some point that it means less or even no documentation.  After all, doesn’t creating, updating, and circulating painstakingly comprehensive documentation that everyone and their mother have officially signed off on go against the very core of Agile?  Of course it does!  But really, they’re missing the point! Read The Agile Manifesto. (No, seriously - read it now. It’s short. I’ll wait.)  It’s essentially a list of values.  More specifically, it’s a right-side/left-side weighted list of values:  “Value this over that”. Many people seem to get the impression that this is really a “good vs. bad” list and that those values on the right side are evil and should essentially be tossed on the floor.  This leads to the conclusion that in order to be Agile we must throw away our fancy expensive tools, document as little as possible, and scoff at the idea of a project plan.  This conclusion is quite convenient because it essentially means “less work, more productivity!” (particularly in regards to the documentation and project planning).  I couldn’t disagree with this conclusion more. My interpretation of the Manifesto targets “over” as the operative word.  It’s not just a list of right vs. wrong or good vs. bad.  It’s a list of priorities.  In other words, none of the concepts on the list should be removed from your development lifecycle – they are all important… just not equally important.  This is not a unique interpretation, in fact it says so right at the end of the manifesto! So, the next time your team sits down to tackle that big new project, don’t make the first order of business to outlaw all meetings, documentation, and project plans.  Instead, collaborate with both your team and the business members involved (you do have business members sitting in the room, directly involved in the project planning, right?) and determine the bare minimum that will allow all of you to work and communicate in the best way possible.  This often means that you can pick and choose which parts of the Agile methodologies and process work for your particular project and end up with an amalgamation of Waterfall, Agile, XP, SCRUM and whatever other methodologies the members of your team have been exposed to (my favorite is “SCRUMerfall”). The biggest implication of this is that there is no one way to implement Agile.  There is no checklist with which you can tick off boxes and confidently conclude that, “Yep, we’re Agile™!”  In fact, depending on your business and the members of your team, moving to Agile full-bore may actually be ill-advised.  Such a drastic change just ends up taking everyone out of their comfort zone which they inevitably fall back into by the end of the project.  This often results in frustration to the point that Agile is abandoned altogether because “we just need to ship something!”  Needless to say, this is far more devastating to a project. Instead, I offer this approach: keep it simple and take it slow.  If your business members or customers are only involved at the beginning phases and nowhere to be seen until the project is delivered, invite them to your daily meetings; encourage them to keep up to speed on what’s going on on a daily basis and provide feedback.  If your current process is heavy on the documentation, try to reduce it as opposed to eliminating it outright.  If you need a “TPS Change Request” signed in triplicate with a 5-day “cooling off period” before a change is implemented, try a simple bug tracking system!  Tighten the feedback loop! Finally, at the end of every “iteration” (whatever that means to you, as long as it’s relatively frequent), take as much time as you can spare (even if it’s an hour or so) and perform some kind of retrospective.  Learn from your mistakes.  Figure out what’s working for you and what’s not, then fix it.  Before you know it you’ve got a handful of iterations and/or projects under your belt and you sit down with your team to realize that, “Hey, this is working - we’re pretty Agile!”  After all, Agile is a Zen journey.  It’s a destination that you aim for, not force, and even if you never reach true “enlightenment” that doesn’t mean your team can’t be exponentially better off from merely taking the journey.

  • Scrum in 5 Minutes

    The goal of this blog entry is to explain the basic concepts of Scrum in less than five minutes. You learn how Scrum can help a team of developers to successfully complete a complex software project. Product Backlog and the Product Owner Imagine that you are part of a team which needs to create a new website – for example, an e-commerce website. You have an overwhelming amount of work to do. You need to build (or possibly buy) a shopping cart, install an SSL certificate, create a product catalog, create a Facebook page, and at least a hundred other things that you have not thought of yet. According to Scrum, the first thing you should do is create a list. Place the highest priority items at the top of the list and the lower priority items lower in the list. For example, creating the shopping cart and buying the domain name might be high priority items and creating a Facebook page might be a lower priority item. In Scrum, this list is called the Product Backlog. How do you prioritize the items in the Product Backlog? Different stakeholders in the project might have different priorities. Gary, your division VP, thinks that it is crucial that the e-commerce site has a mobile app. Sally, your direct manager, thinks taking advantage of new HTML5 features is much more important. Multiple people are pulling you in different directions. According to Scrum, it is important that you always designate one person, and only one person, as the Product Owner. The Product Owner is the person who decides what items should be added to the Product Backlog and the priority of the items in the Product Backlog. The Product Owner could be the customer who is paying the bills, the project manager who is responsible for delivering the project, or a customer representative. The critical point is that the Product Owner must always be a single person and that single person has absolute authority over the Product Backlog. Sprints and the Sprint Backlog So now the developer team has a prioritized list of items and they can start work. The team starts implementing the first item in the Backlog — the shopping cart — and the team is making good progress. Unfortunately, however, half-way through the work of implementing the shopping cart, the Product Owner changes his mind. The Product Owner decides that it is much more important to create the product catalog before the shopping cart. With some frustration, the team switches their developmental efforts to focus on implementing the product catalog. However, part way through completing this work, once again the Product Owner changes his mind about the highest priority item. Getting work done when priorities are constantly shifting is frustrating for the developer team and it results in lower productivity. At the same time, however, the Product Owner needs to have absolute authority over the priority of the items which need to get done. Scrum solves this conflict with the concept of Sprints. In Scrum, a developer team works in Sprints. At the beginning of a Sprint the developers and the Product Owner agree on the items from the backlog which they will complete during the Sprint. This subset of items from the Product Backlog becomes the Sprint Backlog. During the Sprint, the Product Owner is not allowed to change the items in the Sprint Backlog. In other words, the Product Owner cannot shift priorities on the developer team during the Sprint. Different teams use Sprints of different lengths such as one month Sprints, two-week Sprints, and one week Sprints. For high-stress, time critical projects, teams typically choose shorter sprints such as one week sprints. For more mature projects, longer one month sprints might be more appropriate. A team can pick whatever Sprint length makes sense for them just as long as the team is consistent. You should pick a Sprint length and stick with it. Daily Scrum During a Sprint, the developer team needs to have meetings to coordinate their work on completing the items in the Sprint Backlog. For example, the team needs to discuss who is working on what and whether any blocking issues have been discovered. Developers hate meetings (well, sane developers hate meetings). Meetings take developers away from their work of actually implementing stuff as opposed to talking about implementing stuff. However, a developer team which never has meetings and never coordinates their work also has problems. For example, Fred might get stuck on a programming problem for days and never reach out for help even though Tom (who sits in the cubicle next to him) has already solved the very same problem. Or, both Ted and Fred might have started working on the same item from the Sprint Backlog at the same time. In Scrum, these conflicting needs – limiting meetings but enabling team coordination – are resolved with the idea of the Daily Scrum. The Daily Scrum is a meeting for coordinating the work of the developer team which happens once a day. To keep the meeting short, each developer answers only the following three questions: 1. What have you done since yesterday? 2. What do you plan to do today? 3. Any impediments in your way? During the Daily Scrum, developers are not allowed to talk about issues with their cat, do demos of their latest work, or tell heroic stories of programming problems overcome. The meeting must be kept short — typically about 15 minutes. Issues which come up during the Daily Scrum should be discussed in separate meetings which do not involve the whole developer team. Stories and Tasks Items in the Product or Sprint Backlog – such as building a shopping cart or creating a Facebook page – are often referred to as User Stories or Stories. The Stories are created by the Product Owner and should represent some business need. Unlike the Product Owner, the developer team needs to think about how a Story should be implemented. At the beginning of a Sprint, the developer team takes the Stories from the Sprint Backlog and breaks the stories into tasks. For example, the developer team might take the Create a Shopping Cart story and break it into the following tasks: · Enable users to add and remote items from shopping cart · Persist the shopping cart to database between visits · Redirect user to checkout page when Checkout button is clicked During the Daily Scrum, members of the developer team volunteer to complete the tasks required to implement the next Story in the Sprint Backlog. When a developer talks about what he did yesterday or plans to do tomorrow then the developer should be referring to a task. Stories are owned by the Product Owner and a story is all about business value. In contrast, the tasks are owned by the developer team and a task is all about implementation details. A story might take several days or weeks to complete. A task is something which a developer can complete in less than a day. Some teams get lazy about breaking stories into tasks. Neglecting to break stories into tasks can lead to “Never Ending Stories” If you don’t break a story into tasks, then you can’t know how much of a story has actually been completed because you don’t have a clear idea about the implementation steps required to complete the story. Scrumboard During the Daily Scrum, the developer team uses a Scrumboard to coordinate their work. A Scrumboard contains a list of the stories for the current Sprint, the tasks associated with each Story, and the state of each task. The developer team uses the Scrumboard so everyone on the team can see, at a glance, what everyone is working on. As a developer works on a task, the task moves from state to state and the state of the task is updated on the Scrumboard. Common task states are ToDo, In Progress, and Done. Some teams include additional task states such as Needs Review or Needs Testing. Some teams use a physical Scrumboard. In that case, you use index cards to represent the stories and the tasks and you tack the index cards onto a physical board. Using a physical Scrumboard has several disadvantages. A physical Scrumboard does not work well with a distributed team – for example, it is hard to share the same physical Scrumboard between Boston and Seattle. Also, generating reports from a physical Scrumboard is more difficult than generating reports from an online Scrumboard. Estimating Stories and Tasks Stakeholders in a project, the people investing in a project, need to have an idea of how a project is progressing and when the project will be completed. For example, if you are investing in creating an e-commerce site, you need to know when the site can be launched. It is not enough to just say that “the project will be done when it is done” because the stakeholders almost certainly have a limited budget to devote to the project. The people investing in the project cannot determine the business value of the project unless they can have an estimate of how long it will take to complete the project. Developers hate to give estimates. The reason that developers hate to give estimates is that the estimates are almost always completely made up. For example, you really don’t know how long it takes to build a shopping cart until you finish building a shopping cart, and at that point, the estimate is no longer useful. The problem is that writing code is much more like Finding a Cure for Cancer than Building a Brick Wall. Building a brick wall is very straightforward. After you learn how to add one brick to a wall, you understand everything that is involved in adding a brick to a wall. There is no additional research required and no surprises. If, on the other hand, I assembled a team of scientists and asked them to find a cure for cancer, and estimate exactly how long it will take, they would have no idea. The problem is that there are too many unknowns. I don’t know how to cure cancer, I need to do a lot of research here, so I cannot even begin to estimate how long it will take. So developers hate to provide estimates, but the Product Owner and other product stakeholders, have a legitimate need for estimates. Scrum resolves this conflict by using the idea of Story Points. Different teams use different units to represent Story Points. For example, some teams use shirt sizes such as Small, Medium, Large, and X-Large. Some teams prefer to use Coffee Cup sizes such as Tall, Short, and Grande. Finally, some teams like to use numbers from the Fibonacci series. These alternative units are converted into a Story Point value. Regardless of the type of unit which you use to represent Story Points, the goal is the same. Instead of attempting to estimate a Story in hours (which is doomed to failure), you use a much less fine-grained measure of work. A developer team is much more likely to be able to estimate that a Story is Small or X-Large than the exact number of hours required to complete the story. So you can think of Story Points as a compromise between the needs of the Product Owner and the developer team. When a Sprint starts, the developer team devotes more time to thinking about the Stories in a Sprint and the developer team breaks the Stories into Tasks. In Scrum, you estimate the work required to complete a Story by using Story Points and you estimate the work required to complete a task by using hours. The difference between Stories and Tasks is that you don’t create a task until you are just about ready to start working on a task. A task is something that you should be able to create within a day, so you have a much better chance of providing an accurate estimate of the work required to complete a task than a story. Burndown Charts In Scrum, you use Burndown charts to represent the remaining work on a project. You use Release Burndown charts to represent the overall remaining work for a project and you use Sprint Burndown charts to represent the overall remaining work for a particular Sprint. You create a Release Burndown chart by calculating the remaining number of uncompleted Story Points for the entire Product Backlog every day. The vertical axis represents Story Points and the horizontal axis represents time. A Sprint Burndown chart is similar to a Release Burndown chart, but it focuses on the remaining work for a particular Sprint. There are two different types of Sprint Burndown charts. You can either represent the remaining work in a Sprint with Story Points or with task hours (the following image, taken from Wikipedia, uses hours). When each Product Backlog Story is completed, the Release Burndown chart slopes down. When each Story or task is completed, the Sprint Burndown chart slopes down. Burndown charts typically do not always slope down over time. As new work is added to the Product Backlog, the Release Burndown chart slopes up. If new tasks are discovered during a Sprint, the Sprint Burndown chart will also slope up. The purpose of a Burndown chart is to give you a way to track team progress over time. If, halfway through a Sprint, the Sprint Burndown chart is still climbing a hill then you know that you are in trouble. Team Velocity Stakeholders in a project always want more work done faster. For example, the Product Owner for the e-commerce site wants the website to launch before tomorrow. Developers tend to be overly optimistic. Rarely do developers acknowledge the physical limitations of reality. So Project stakeholders and the developer team often collude to delude themselves about how much work can be done and how quickly. Too many software projects begin in a state of optimism and end in frustration as deadlines zoom by. In Scrum, this problem is overcome by calculating a number called the Team Velocity. The Team Velocity is a measure of the average number of Story Points which a team has completed in previous Sprints. Knowing the Team Velocity is important during the Sprint Planning meeting when the Product Owner and the developer team work together to determine the number of stories which can be completed in the next Sprint. If you know the Team Velocity then you can avoid committing to do more work than the team has been able to accomplish in the past, and your team is much more likely to complete all of the work required for the next Sprint. Scrum Master There are three roles in Scrum: the Product Owner, the developer team, and the Scrum Master. I’v e already discussed the Product Owner. The Product Owner is the one and only person who maintains the Product Backlog and prioritizes the stories. I’ve also described the role of the developer team. The members of the developer team do the work of implementing the stories by breaking the stories into tasks. The final role, which I have not discussed, is the role of the Scrum Master. The Scrum Master is responsible for ensuring that the team is following the Scrum process. For example, the Scrum Master is responsible for making sure that there is a Daily Scrum meeting and that everyone answers the standard three questions. The Scrum Master is also responsible for removing (non-technical) impediments which the team might encounter. For example, if the team cannot start work until everyone installs the latest version of Microsoft Visual Studio then the Scrum Master has the responsibility of working with management to get the latest version of Visual Studio as quickly as possible. The Scrum Master can be a member of the developer team. Furthermore, different people can take on the role of the Scrum Master over time. The Scrum Master, however, cannot be the same person as the Product Owner. Using SonicAgile SonicAgile (SonicAgile.com) is an online tool which you can use to manage your projects using Scrum. You can use the SonicAgile Product Backlog to create a prioritized list of stories. You can estimate the size of the Stories using different Story Point units such as Shirt Sizes and Coffee Cup sizes. You can use SonicAgile during the Sprint Planning meeting to select the Stories that you want to complete during a particular Sprint. You can configure Sprints to be any length of time. SonicAgile calculates Team Velocity automatically and displays a warning when you add too many stories to a Sprint. In other words, it warns you when it thinks you are overcommitting in a Sprint. SonicAgile also includes a Scrumboard which displays the list of Stories selected for a Sprint and the tasks associated with each story. You can drag tasks from one task state to another. Finally, SonicAgile enables you to generate Release Burndown and Sprint Burndown charts. You can use these charts to view the progress of your team. To learn more about SonicAgile, visit SonicAgile.com. Summary In this post, I described many of the basic concepts of Scrum. You learned how a Product Owner uses a Product Backlog to create a prioritized list of tasks. I explained why work is completed in Sprints so the developer team can be more productive. I also explained how a developer team uses the daily scrum to coordinate their work. You learned how the developer team uses a Scrumboard to see, at a glance, who is working on what and the state of each task. I also discussed Burndown charts. You learned how you can use both Release and Sprint Burndown charts to track team progress in completing a project. Finally, I described the crucial role of the Scrum Master – the person who is responsible for ensuring that the rules of Scrum are being followed. My goal was not to describe all of the concepts of Scrum. This post was intended to be an introductory overview.   • JavaScript: this

    JavaScript is a language steeped in juxtaposition.  It was made to “look like Java,” yet is dynamic and classless.  From this origin, we get the new operator and the this keyword.  You are probably used to this referring to the current instance of a class, so what could it mean in a language without classes? In JavaScript, this refers to the object off of which a function is referenced when it is invoked (unless it is invoked via call or apply). What this means is that this is not bound to your function, and can change depending on how your function is invoked. It also means that this changes when declaring a function inside another function (i.e. each function has its own this), such as when writing a callback. Let's see some of this in action: var obj = { count: 0, increment: function () { this.count += 1; }, logAfterTimeout = function () { setTimeout(function () { console.log(this.count); }, 1); } }; obj.increment(); console.log(obj.count); // 1 var increment = obj.increment; window.count = 'global count value: '; increment(); console.log(obj.count); // 1 console.log(window.count); // global count value: 1 var newObj = {count:50}; increment.call(newObj); console.log(newObj.count); // 51 obj.logAfterTimeout();// global count value: 1 obj.logAfterTimeout = function () { var proxiedFunction = $.proxy(function () { console.log(this.count); }, this); setTimeout(proxiedFunction, 1); }; obj.logAfterTimeout(); // 1 obj.logAfterTimeout = function () { var that = this; setTimeout(function () { console.log(that.count); }, 1); }; obj.logAfterTimeout(); // 1 The last couple of examples here demonstrate some methods for making sure you get the values you expect.  The first time logAfterTimeout is redefined, we use jQuery.proxy to create a new function which has its this permanently set to the passed in value (in this case, the current this).  The second time logAfterTimeout is redefined, we save the value of this in a variable (named that in this case, also often named self) and use the new variable in place of this. Now, all of this is to clarify what’s going on when you use this.  However, it’s pretty easy to avoid using this altogether in your code (especially in the way I’ve demonstrated above).  Instead of using this.count all over the place, it would have been much easier if I’d made count a variable instead of a property, and then I wouldn’t have to use this to refer to it.  var obj = (function () { var count = 0; return { increment: function () { count += 1; }, logAfterTimeout = function () { setTimeout(function () { console.log(count); }, 1); }, getCount: function () { return count; } }; }()); If you’re writing your code in this way, the main place you’ll run into issues with this is when handling DOM events (where this is the element on which the event occurred).  In that case, just be careful when using a callback within that event handler, that you’re not expecting this to still refer to the element (and use proxy or that/self if you need to refer to it). Finally, as demonstrated in the example, you can use call or apply on a function to set its this value.  This isn’t often needed, but you may also want to know that you can use apply to pass in an array of arguments to a function (e.g. console.log.apply(console, [1, 2, 3, 4])).

  • C# 4.0: Named And Optional Arguments

    As part of the co-evolution effort of C# and Visual Basic, C# 4.0 introduces Named and Optional Arguments. First of all, let’s clarify what are arguments and parameters: Method definition parameters are the input variables of the method. Method call arguments are the values provided to the method parameters. In fact, the C# Language Specification states the following on §7.5: The argument list (§7.5.1) of a function member invocation provides actual values or variable references for the parameters of the function member. Given the above definitions, we can state that: Parameters have always been named and still are. Parameters have never been optional and still aren’t. Named Arguments Until now, the way the C# compiler matched method call definition arguments with method parameters was by position. The first argument provides the value for the first parameter, the second argument provides the value for the second parameter, and so on and so on, regardless of the name of the parameters. If a parameter was missing a corresponding argument to provide its value, the compiler would emit a compilation error. For this call: Greeting("Mr.", "Morgado", 42); this method: public void Greeting(string title, string name, int age) will receive as parameters: title: “Mr.” name: “Morgado” age: 42 What this new feature allows is to use the names of the parameters to identify the corresponding arguments in the form: name:value Not all arguments in the argument list must be named. However, all named arguments must be at the end of the argument list. The matching between arguments (and the evaluation of its value) and parameters will be done first by name for the named arguments and than by position for the unnamed arguments. This means that, for this method definition: public static void Method(int first, int second, int third) this call declaration: int i = 0; Method(i, third: i++, second: ++i); will have this code generated by the compiler: int i = 0; int CS$0$0000 = i++; int CS$0$0001 = ++i; Method(i, CS$0$0001, CS$0$0000); which will give the method the following parameter values: first: 2 second: 2 third: 0 Notice the variable names. Although invalid being invalid C# identifiers, they are valid .NET identifiers and thus avoiding collision between user written and compiler generated code. Besides allowing to re-order of the argument list, this feature is very useful for auto-documenting the code, for example, when the argument list is very long or not clear, from the call site, what the arguments are. Optional Arguments Parameters can now have default values: public static void Method(int first, int second = 2, int third = 3) Parameters with default values must be the last in the parameter list and its value is used as the value of the parameter if the corresponding argument is missing from the method call declaration. For this call declaration: int i = 0; Method(i, third: ++i); will have this code generated by the compiler: int i = 0; int CS$0$0000 = ++i; Method(i, 2, CS$0$0000); which will give the method the following parameter values: first: 1 second: 2 third: 1 Because, when method parameters have default values, arguments can be omitted from the call declaration, this might seem like method overloading or a good replacement for it, but it isn’t. Although methods like this: public static StreamReader OpenTextFile( string path, Encoding encoding = null, bool detectEncoding = true, int bufferSize = 1024) allow to have its calls written like this: OpenTextFile("foo.txt", Encoding.UTF8); OpenTextFile("foo.txt", Encoding.UTF8, bufferSize: 4096); OpenTextFile( bufferSize: 4096, path: "foo.txt", detectEncoding: false); The complier handles default values like constant fields taking the value and useing it instead of a reference to the value. So, like with constant fields, methods with parameters with default values are exposed publicly (and remember that internal members might be publicly accessible – InternalsVisibleToAttribute). If such methods are publicly accessible and used by another assembly, those values will be hard coded in the calling code and, if the called assembly has its default values changed, they won’t be assumed by already compiled code. At the first glance, I though that using optional arguments for “bad” written code was great, but the ability to write code like that was just pure evil. But than I realized that, since I use private constant fields, it’s OK to use default parameter values on privately accessed methods.

  • Using local DNS and public DNS during site development

    I'm a web designer and I often develop new sites for existing businesses. Sometimes I find it useful to point my DNS address (for my personal computer) to the development servers local DNS (instead of Googles 8.8.8.8 or the default isp's address). I like this as it let's me see that the new site's internal links, etc, operate before switching over the authorative DNS from the old site. However outgoing links (Like a Google map) would not route with my local dns. The first thing I thought was, oh I just need to fill out my DNS directory with Google and every other domain I might need to link to, wait... that sounds insane. I was wondering if anyone could give me insight into a better way or more functional way to get use local DNS addresses when they're available and public supplied DNS address when they are not? Kinda like a DNS to 'roll-over'? Or maybe a completely different approach to development all together. Thanks in advance for your insight. All the best!

  • WRT54G - how use port forwarding and VNC

    Since I have my home network behind a WRT54G, the router has an external "real" IP address, and the PCs behind it have 192.168.xxx.xxx addresses. I would like to be able to control one of them remotely - preferably using UltraVNC, but I am open to suggestions. Since I can't directly address that PC from the internet, I figured I could address a port on my router and have the traffic forwarded to the PC (and the same in the reverse direction). Is that feasible? Can anyone tell me how to do it (or point me to an URL that does)? Thanks

  • Building a Store Locator ASP.NET Application Using Google Maps API (Part 3)

    Over the past two weeks I've showed how to build a store locator application using ASP.NET and the free Google Maps API and Google's geocoding service. Part 1 looked at creating the database to record the store locations. This database contains a table named Stores with columns capturing each store's address and latitude and longitude coordinates. Part 1 also showed how to use Google's geocoding service to translate a user-entered address into latitude and longitude coordinates, which could then be used to retrieve and display those stores within (roughly) a 15 mile area. At the end of Part 1, the results page listed the nearby stores in a grid. In Part 2 we used the Google Maps API to add an interactive map to the search results page, with each nearby store displayed on the map as a marker. The map added in Part 2 certainly improves the search results page, but the way the nearby stores are displayed on the map leaves a bit to be desired. For starters, each nearby store is displayed on the map using the same marker icon, namely a red pushpin. This makes it difficult to match up the nearby stores listed in the grid with those displayed on the map. Hovering the mouse over a marker on the map displays the store number in a tooltip, but ideally a user could click a marker to see more detailed information about the store, such as its address, phone number, a photo of the storefront, and so forth. This third and final installment shows how to enhance the map created in Part 2. Specifically, we'll see how to customize the marker icons displayed in the map to make it easier to identify which marker corresponds to which nearby store location. We'll also look at adding rich popup windows to each marker, which includes detailed store information and can be updated further to include pictures and other HTML content. Read on to learn more!
