  • Outlook stopped working after updating to Windows 8

    I downloaded Windows 8 update from Microsoft's site and installed it. Everything works perfectly except Outlook. Sometimes receiving messages doesn't work for whatever reason. Now the problem is sending and replying. Before these two worked but after receiving messages started to work, these problems have occurred. When I try to press New to create a new email, I get the following error message Cannot create the e-mail message because a data file to send and receive messages cannot be found. To add a data file, such as a personal folder file, double click the Mail icon in Windows Control. When I try to reply a message, I get the following one The operation failed. An object could not be found. After the update Outlook worked ok. I've had other problems with Outlook too.

    When one of my colleagues is accessing Outlook Web Access from IE, he frequently gets an error reported: "Outlook Web Access has encountered a Web browsing error".     I think that almost every Exchange admin can concur with me that the Outlook autocomplete cache is one of those things you love but at the same time also hate. Users mostly love this function, except when it fails.Luckily since Outlook 2010 things got a little better and we got rid of the dreaded nk2 files.Outlook 2010 now includes a folder named "Suggested Contacts", all users you send an email to and that don't already have an contact object are saved in this suggested contacts folder.A lot of people thought this folder is also the source for the autocomplete cache, which would make it somewhat easy to manage, I wish the solution was that easy.Badly enough separate from the suggested contacts, outlook still maintains a cache for the autocomplete function. Let us say you run in to the following situation: John works for company A and is a popular contact for almost everyone in your organization.Now John quit his job at Company A and moved to Company B.Luckily John maintains your company as customer, but his email address is now changed from companyA.com to companyB.comSince you don't want to do any business with Company A anymore, you want to make sure none of your users accidentally mail to his old address.Now this is where the real fun starts, cause almost all of your 1000 users have mailed at least once with John.Resulting in the fact that every user has John most probably listed in their autocomplete cache.  I have run into sort like situations multiple times with several customers, which is always a pain.And of course this blog post is the result of one of those issues once again.I knew that with the Suggested contacts we could do more than previously, but still never spent time on it before.But today I thought lets nail this now and forever!!  Ok let's start of that things are different for every combination of outlook and exchange.I explain the procedure for Exchange 2010 SP1+ in combination with Outlook 2010.At first we want to get rid of all contact objects that contain [email protected] do this we need to be assigned to the RBAC role "Mailbox Import Export", which can be done through the Exchange Control panel.In my test environment I assigned this role to the Organization admins, but in real life you might want to add it to a custom role. Open the Exchange control panel by logging in to the ecp url, in my case https://ITFEX.itf.local/ECP, and make sure you selected your organization as management scope.Browse to Roles & Auditing, and open the properties for the organization management role group.click on the Add button to add a new role to the Organization Management role group, select the Mailbox Import Export role and click on add and OK to add it to the role.  Once you have assigned that role to your account you can open the Exchange Management Shell and execute the following command: Get-mailbox –resultsize unlimited | search-mailbox –targetmailbox "your.account" –targetfolder searchanddelete –loglevel full –logonly –searchquery "kind:contact AND [email protected]" This command will create a list with all mailboxes and any contacts that were found with an email address that contains [email protected], this list is then posted in the mailbox you specified at your.account in the folder searchanddelete.Now examine the report that was created and posted in the mailbox to see if it matches what you think it should match.My results looked like this:  When you're confident that the search includes all references and no false positives you can execute almost the same command, but this time with an delete action instead of the logonly. Get-mailbox –resultsize unlimited | search-mailbox –targetmailbox "your.account" –targetfolder searchanddelete –loglevel full –DeleteContent –searchquery "kind:contact AND [email protected]" Now most people would think this would remove the contact object from the suggested contacts, resulting in a removal from the autocomplete list.Sad but not true, to clean up the autocomplete list start Outlook with the command: "outlook /cleanautocompletecache" This will result in an empty cache, but luckily this is rebuild based on the suggested contacts, which now doesn't include the [email protected] contact anymore.

    Every week I have to do the same report for my bosses. Our bug tracker sends us emails, and to be sure I caught everything I often need to search Outlook for all the bug email's I've received. If I could search the email subject using a regular exrpession, my life would be much easier. Can I search my inbox using a regular expression in Outlook 2003?

  • Outlook 2010 keeps losing the search index for emails

    Hoping someone can help here, this is driving me insane. Outlook 2010 keeps losing the search index so when I search for an email it has the yellow bar saying: search results may be incomplete because items are still being indexed Clicking on the bar says eg: 49200 items remaining to be indexed If it makes any difference, this is an IMAP account. If I leave Outlook open all day it will eventually index everything. But then say a week/month later it happens all again.

    I have permission to attached a mailbox to my profile. This is a mailbox I share and manage with other people. When we send from this address, we would like to have the message show up in this mailbox's sent items folder. The current behavior is that the message goes to our primary account's sent items. I'm using Outlook 2007 but others are using Outlook 2003. This is in an Exchange 2007 environment.

    i have asked a number of questions around outlook rules and no matter how small i make the names and how efficient i make the rules, i ultimately still hit the 32 limit at about 40 rules. Is there any alternative to do this job since outlook rules just doesn't seem scalable to to keep up with the way people are emailing over the past 10 yearsoutlo.

    I have an installation of Outlook 2003 that won't print emails as of this morning. It can print calendars, and every other program can print fine. Outlook won't print the emails to any printer, not even a PDF creator. As soon as you hit "Print" nothing happens, there's no notification that the print job was sent or anything. The print server never receives a request to print from the computer.

  • How can I find the Windows domain logon name of a user from within Outlook 2010?

    I need to figure out someone's login name for our domain, and I'd like to be able to do this from within Outlook 2010. I used to be able to do this from Outlook 2007 by right-clicking the user's name in an email message that they'd sent me, and clicking "Outlook Properties..." in the context menu. That would bring up this dialog, which contained what I need in the "alias" field: Now I've installed Outlook 2010. I want to do the same thing, but I can't seem to find a corresponding field. First, I don't see an explicit "Outlook Properties" menu option anymore, and what I think is the corresponding dialog looks completely different: It seems weird that, although I'm looking at the properties of my own name in the same email message in 2007 and 2010 in these screenshots, my name is shown differently in each -- Chris versus Christopher. That makes me think that Outlook isn't really looking in the same place to get this info in each case. So, can I get that "alias" field from within Outlook 2010?

  • Large mailbox in Outlook 2007 takes ages to index

    In our company each user has a single mailbox and all email they have ever sent/received is in that mailbox. We don't do archiving to PST and we thought that was the way forward. The problem we now have is if someone switches to another PC for the day and opens Outlook, it has to download all emails first to that PC (cached mode) but even then when they try to search for something, Outlook says items are still being indexed. One user has over 100,000 items to be indexed and it's been saying that for about a week! As a temporary workaround I have turned off instant searching which allows them to search for anything, but it takes time to filter through, and Outlook doesn't exactly indicate if it's still searching for something, so in most cases the user thinks the search isn't working when really it is and it's just taking time to populate the results. I need a solution that allows the mailbox to be indexed really quickly if the user has to login to another PC. Are we best using Online Mode instead of Cached Mode or is there another way around this? Thanks in advance.

  • Outlook certificate error and separate send/receive error

    I run a laptop with Vista 32bit and MS Office 2010. Outlook has two profiles, both configured as POP3/SMTP and neither go through an exchange server. Recently, one of the mail servers (hosted with easily) was getting full, so I changed the profile setting to delete from the server if mails are older than 60 days. Suddenly, I am now experiencing a couple of glitches. The first is that I get a certificate error when outlook tries it's first send/receive under the relevant profile - "The server you are connected to is using a security certificate that cannot be verified" This continues despite apparently successfully re-importing the certificate. The second glitch is that I get a "Sending reported error (0x8004010F): 'Outlook data file cannot be accessed'" error on send receive. Strangely, it seems to be trying to send/receive twice - once to 'mail@domain', which works, and the second to 'domain' which doesn't. I've tried deleting the profile and re-creating it, pointing to the original .pst file, but still get both errors. Does anybody know how I can resolve these errors? (As a by note, and not that important, more for curiosity, does anybody know why simply changing the delete from server setting against that profile would cause these issues?)

  • Outlook Web Access and Rules

    One of my clients would prefer that I have an email address in their domain. They run SBS 2k8 so I just monitor my email from them (and their clients) via Outlook Web Access. No POP or IMAP access, only OWA. No VPN access either, so no "real" Outlook. Just OWA. I figured I'd build an outlook rule to forward mail from that account to an account that I monitor -- that way I won't need to keep IE open all the time to monitor email. However, I just can't seem to get the dang rule to work and am hoping someone here can give me a nudge or pointer. From OWA, I click on Options - Rules and edit my current rule that kinda works. The rule is supposed to forward the email sent to me and then move it to a folder. It does move it to a folder... just never seems to forward it. The rule looks like this: Apply this rule after the message arrives where my name is in the To box redirect it to [email protected] and move it to the Forwarded to MyEmail folder except with "ALERT" in the subject As I mentioned, mail does get moved, just never redirected. I've tried "Forward" and "redirect" actions with the same results. Any suggestions?

  • Outlook 2010 IMAP account - send on behalf

    So I was looking for a possibility to manage the mail distribution of online shops, newsfeeds, etc. and have a nice solution via distribution groups aka. alias addresses. In example, I register an account on eBay using "[email protected]" (where org.com is my company obviously). That address is an alias and can be managed on my on-premise mail server setting destination to somebody's mailbox independent from logging on to eBay - in case somebody else shall do the eBay-stuff, I can quick change the destination of that alias :-) So far, so good - and now to the problem: Using Microsoft Outlook 2010 and an IMAP account on our mail server, I cannot figure out how to remove that "on behalf of"-string visible in the from-field when sending a message under that [email protected] address. That's quite a pity, because especially eBay doesn't accept/forward mails not coming from the registered address.. Using other mail clients (e.g. Mozilla Thunderbird), the problem does not occur so I guess it's Outlook specific. I cannot "grant" permission to "send as", because that address is not a mailbox, but rather an alias only. Furthermore, the mail accounts are not Exchange, but IMAP! Does anybody have any other ideas to "remove" that annoying string? Consideration: We have to use Microsoft Outlook for some reason! :-)

    If you want to send an email to a contact or several contacts, you might want to keep some of the recipient email addresses private using the Bcc (Blind Carbon Copy) Field. Here’s how to do it in Outlook 2010. It’s not enabled by default, but adding it as a field for all future emails is a simple process. Launch Outlook and under the Home tab click on the New E-mail button. When the new mail window opens click on the Options tab and in the Show Fields column select Bcc. The Bcc field will appear and you can then put the contacts in there who you want to receive the mail secretly or don’t want to show a certain email address.
