• Letter to Ballmer: Making Better Consumer Devices

  Last year, I wrote Steve Ballmer an email, and he was kind enough to write me back.  The email contained a scan of a column I wrote praising Microsoft’s BI strategy.  His reply contained three simple words: “Super nice  thanks.” Well, now I’d like to write to Steve again, in an open letter format, and this time the love may be a bit tougher.  But I’m still super earnest. The past two days have been eventful ones for Microsoft: The company announced the departure of company veterans Robbie Bach and J Allard and the market announced Apple is now besting Microsoft in market capitalization. Plus, announcements were made that make it plain that Ballmer will, in effect, be running Microsoft’s Entertainment & Devices division himself. With that in mind, I’d like to offer my list of a dozen things I think Microsoft’s CEO should do to improve that division’s offerings and, hopefully, its bottom line. So here goes:   1. On Windows Phone 7, Stay the Course The press is teeming with headlines and reader comments proclaiming the death-before-arrival of Windows Phone 7.  That’s plain silly.  You’ve got the makings of a great and unique SmartPhone platform, and you’re the only company (even considering RIM) that can offer full fidelity Exchange integration, not to mention implementing Office on the device.  Let the existing team finish this puppy and ship it. And then have them pump out a few updates, over-the-air, quickly.  Show them that Google Android’s not the only product that can do good, rapid dot releases. And another thing: make sure your OEMs’ devices have flawless touch screens.  If they don’t, then you shouldn’t certify them for delivery to customers.  Period. Oh, and kill the Kin, quietly.  It was DOA, and you know it.   2. Move Media Center to the Xbox Platform Media Center is, at its core, a good product.  But delivering a media distribution and DVR platform on a sophisticated PC operating system like Windows 7 just creates too many moving parts.  Xbox already functions as the best Media Center extender device – it should actually be the hub as well. Media Center is mostly based on .NET code – and XNA is a .NET environment for Xbox – find a way to bridge that small gap and make Media Center a joy to work with instead of a frustration.  Beating Apple TV out of this sub-market is the lowest hanging fruit on the tree (goofy pun, but it’s true).   3. Integrate Media Center with Mediaroom, or Kill the Latter You have two media products with almost identical names.  One is for standalone DVRs and the other is for IPTV cable set tops with DVR capabilities.  Can we merge these please?  My previous request of putting Media Center on Xbox would seem to tie into this nicely, since you’ve announced plans to do that with Mediaroom already.   4. Fix the Red Ring of Death People love the Xbox, but they really don’t love sending their consoles back every 18-24 months, when they get a bunch of red lights flashing on power up.  You’ve handled this defect about as gracefully as possible, but it’s been around for a long time now and it doesn’t seem to be fixed yet.  You can do better.  In fact, you must do better, or you insult your customers.   5. Add Blu Ray to Xbox I know, streaming movies are the future; physical media is legacy technology.  So if that’s true, why did you back HD DVD so hard?  You know why: for now, the film studios won’t allow a large selection of new release, HD, surround sound content be distributed on any medium other than Blu Ray or cable pay per view/on-demand.  Don’t you want home theater buffs to see the Xbox as a fantastic device for their rigs?  Don’t you want to put PlayStation 3 out of its misery?  And if you follow my suggestions above (move Media Center to the Xbox and fix the Red Ring problem), you’d have it all sewn up.  Do I think Blu Ray functionality will move a lot of units?  No.  Do I think that it would move more units with desperately needed influential home theater consumers?  You bet.  And you might sell more ZunePass subscriptions in the process. But while you’re at it, make the fan quieter, please.   6. Make More of Windows Home Server Home Server is a fantastic product.  And for reasons unknown to me, it seems like you’re letting it languish.  Development of the add-in ecosystem seems underfunded.  WHS’ unparalleled ease of use and reliability for home PC backup (and emergency restores) goes unsung.  Product cycles are slow.  Support for your OEMs, who are doing great work, especially in the green space with Atom CPUs, seems lacking.  You’ve married a trophy girl and you keep her cloistered at home!  That’s cruel, unusual and, um, incredibly ill-advised.  Make use of this ace card, and while you’re at it, give it real integration with Media Center.  The integration thus far proof-of-concept quality.  You should go way past that – both products will benefit immeasurably.   7. Set Up a Partner Platform for Custom Installers There’s a whole sub-industry of companies that install, integrate and configure home theater, security and connected home products.  They have an industry group. They are influential in the high-end of the consumer electronics industry, and so are their customers.  They love Media Center and they love Windows Home Server.  But I have talked to several of them at the Consumer Electronics Show and they tell me you don’t love them.  They find it very difficult to do business with Microsoft, even though they want nothing more than to sell and evangelize your platform.  This is a travesty.  Please fix it.  Get Allison Watson and the Microsoft Partner Network on board and have her hire someone who knows how to run a channel program for consumer electronics companies.  Problem solved.  Markets expanded.   8. Make Your Own Hardware In other areas, I know you love your partners.  I help run one, so I appreciate that.  But when it came to Xbox and Zune you built them it yourself (albeit on a contract basis, which is fine).  Windows Phone 7 has a chance to work as an OEM play, but it would work better if you produced the devices.  At least consider building a reference device that sells alongside your OEMs’ offerings.  That’s what Google did with the Nexxus One.  And while that phone was not itself a big seller, it catalyzed two wonderful things : (1) a quality bar was set and (2) partners exceeded it.  Before the Nexxus One, the best Android handset out there was the Motorola Droid. The Nexxus One was better, and the HTC Droid Incredible and Evo 4G are now even better than Google’s phone, which is why Verizon and Sprint decided not to carry it.  Imagine if all Windows Phone 6.x devices were on par with the HTC HD2.  I tend to believe you’d have a lot bigger market share than you do now.   9. Continue with Your Retail Initiative From what I hear, it sounds like it’s going well.  And this goes right along with making your own hardware.  When you build it, they will come.  And then it makes the likes of Best Buy and Staples do better.   10. Make an Acquisition (or Two) TiVo and/or Moxi look ripe for the picking.  With their ability to build stuff people love and your ability to run a business, you might just have something.  But do a better job than you did when you bought Danger.  Buy the ideas, not just the customers, eh?   11. Make Beautiful Stuff You’ve heard this one before, I know.  But I have some head-shrinking advice on this one.  You know that Apple obsesses over its industrial design.  You know that appeals to consumers.  But it seems you think doing so is Apple’s game exclusively and so you shouldn’t even try.  Bull dinky.  Come to New York and visit the Museum of Modern Art’s Architecture and Design gallery.  You’ll see that lots of companies and product categories have had very high design value well before Apple existed.  You can do this, and the Zune HD was a great start.  Now run with that.  Find those negative voices in your head that are telling you that you can’t and shut them up.  For good.   12. Burst the Bubble Some of the products you’ve built seem like they were conceived in a bizarro world.  That would appear to be the result of groupthink.  You must do better.  And there’s lots of people willing to advise you.  This includes just about everyone in the Regional Director program, and probably a bunch of MVPs.  Heck, I bet the guys at Engadget could help out too.  Imagine if you let them see the Kin before it shipped.  Talk to high-end gear consumers.  Talk to Best Buy and CostCo customers too.   Signing Off I hope this was of value to you.  As I wrote this I kept telling myself how obvious, even trite, some of these pieces of advice were and then, because of that, doubting they’d really help.  But I decided that they must not be obvious to Microsoft.  Sometimes when you get wrapped up in stuff, it’s hard to clear your head.  I think my head’s pretty clear here though (I’m wrapped up in other stuff), so maybe my perspective can help.  If not, well, then, I guess they all can’t be super nice.

• Customize the Windows Media Center Start Menu with Media Center Studio

  Do you ever wish you could change the WMC start menu? Maybe move some of the tiles and strips around to different locations, add new ones, or eliminate some altogether? Today we look at how to do it using Media Center Studio. Download and install Media Center Studio. (Download link below) You’ll also want to make sure you have Windows Media Center closed before running Media Center Studio. Many of the actions cannot be performed with Media Center open. Once installed, you can open Media Center Studio from the Windows Start Menu. When you first open Media Center Studio you’ll be on the Themes tab. Click on the Start Menu tab. It should be noted that Media Center Studio is a Beta application, and it did crash on us a few times, so it’s a good idea to save your work frequently. You can save your changes by selecting Save on the Home tab, or by clicking the small disk icon at the top left. We also found that that trying to launch Media Center from the Start Media Center button on the application ribbon typically didn’t work. Opening Windows Media Center from the Windows Start Menu is preferred.   When you’re on the Start Menu tab you will see the Windows Media Center menu strips and tiles. Click the arrows located at the right, left, top, and bottom of the screen to scroll through the various menu strips.   Hiding and Removing Tiles and Menu Strips. If there is an entire menu strip that you never use and would like to remove from Media Center, simply uncheck the box to the left of the the title above that menu strip. If you’d like to hide individual tiles, uncheck the box next to the name of the individual tile. Renaming Tiles and Strips To rename a tile or menu strip, click on the small notepad icon next to the title. Note: If you do not see a small notepad icon next to the title, then the title is not editable. This applies to many of the “Promo” tiles. The title will turn into a text input box so that you can edit the name. Click away from the text box when finished. Here we will change the title of the default Movie strip to “Flicks.” Change the Default Tile and Menu Strip The Default menu strip is the strip that is highlighted, or on focus, when you open Media Center.   To change the default strip, simply click once on another strip to highlight it, and then save your work. In our example, I’m going to make our newly renamed “Flicks” strip the default.   Each menu strip has a default tile. This is the tile that is active, or on focus, when you select the menu strip. To change the default tile on a strip, click once on the tile. You will see it outlined in light blue. Now just simply save your changes. In our example below, we’ve changed the default tile on the TV strip to “guide.”   Moving Tiles and Menu Strips You can move an entire Menu Strip up or down on the screen. When you hover your mouse over the a menu strip, you will see up and down arrows appear to the right and left of the title. Click on the arrows to move the strip up or down.   You will see the menu strip appear in it’s new position.   To move a tile to a new menu strip, click and drag the tile you’d like to move. When you begin to drag the tile, green plus (+) signs will appear in between the tiles. Drag and drop the tile onto to any of these green plus signs to move it to that location. When you’ve dragged the tile over an acceptable position, you’ll see the  red “Move” label next to your cursor turn to a blue “Move to” label. Now you can drop the tile into position. You’ll see the tile located in it’s new position.   Adding a New Custom Menu Strip Click on the Start Menu tab and then select the Menu Strip button.   You will see a new Custom Menu strip appear on your Start Menu with the default name of Custom menu. You can change the name by clicking on the notepad icon just as we did earlier. For our example, we’ll change the name of the new strip to Add-ins. To add a new tile, click on Entry Points at the lower left of the application window. This will reveal all of your available Entry Points that can be added to the Media Center Menu. You should see the built-in Media Center Games and any Media Center Plug-ins you have added to your system. You can then drag and drop any of the Entry Points onto any of the Menu Strips. Below we’ve added Media Browser to our custom Add-ins menu strip. You can also add additional applications to launch directly from Media Center. Click on the Application button on the Start Menu tab. Note: Many applications may not work with your remote, but with keyboard and mouse only.    Type in a title which will appear under the tile in Media Center, and then type the path to the application. In our example, we will add Internet Explorer 8. Note: Be sure to add the actual path to the application and not just a link on the desktop. Click any of the check boxes to select any options under Required Capabilities. You can also browse to choose an image if you don’t care for the image that appears automatically.   Next, you can select keyboard strokes to press to exit the application and return to Media Center. Click the green plus (+) button. When prompted, press a key you’ll use to close the program. Repeat the process if you’d also like to select a keystroke to kill the program.   You’ll see your button programs listed below. When you’re finished, save your work and close out of Media Center Studio.   Now your new program entry point will appear in the Entry Points section. Drag the icon to the desired position on the Start Menu and save again before exiting Media Center Studio. When you open Media Center you will see your new application on the start menu. Click the tile to open the application just as you would any other tile. The application will open and minimize Media Center. When you press the key you choose to close the program, Windows Media Center will automatically be restored. Note: You can also exit the application through normal methods by clicking the red “X” or File > Exit. Conclusion Media Center Studio is a Beta application which the developer freely admits still has some bugs. Despite it’s flaws Media Center Studio is a powerful tool, and when it comes to customizing your Media Center start menu, it’s pretty much the only game in town. It works with both Vista and Windows 7, and according to the developer, has not been officially tested with extenders. • How to Reuse Your Old Wi-Fi Router as a Network Switch

  Just because your old Wi-Fi router has been replaced by a newer model doesn’t mean it needs to gather dust in the closet. Read on as we show you how to take an old and underpowered Wi-Fi router and turn it into a respectable network switch (saving your $20 in the process). Image by mmgallan. Why Do I Want To Do This? Wi-Fi technology has changed significantly in the last ten years but Ethernet-based networking has changed very little. As such, a Wi-Fi router with 2006-era guts is lagging significantly behind current Wi-Fi router technology, but the Ethernet networking component of the device is just as useful as ever; aside from potentially being only 100Mbs instead of 1000Mbs capable (which for 99% of home applications is irrelevant) Ethernet is Ethernet. What does this matter to you, the consumer? It means that even though your old router doesn’t hack it for your Wi-Fi needs any longer the device is still a perfectly serviceable (and high quality) network switch. When do you need a network switch? Any time you want to share an Ethernet cable among multiple devices, you need a switch. For example, let’s say you have a single Ethernet wall jack behind your entertainment center. Unfortunately you have four devices that you want to link to your local network via hardline including your smart HDTV, DVR, Xbox, and a little Raspberry Pi running XBMC. Instead of spending $20-30 to purchase a brand new switch of comparable build quality to your old Wi-Fi router it makes financial sense (and is environmentally friendly) to invest five minutes of your time tweaking the settings on the old router to turn it from a Wi-Fi access point and routing tool into a network switch–perfect for dropping behind your entertainment center so that your DVR, Xbox, and media center computer can all share an Ethernet connection. What Do I Need? For this tutorial you’ll need a few things, all of which you likely have readily on hand or are free for download. To follow the basic portion of the tutorial, you’ll need the following: 1 Wi-Fi router with Ethernet ports 1 Computer with Ethernet jack 1 Ethernet cable For the advanced tutorial you’ll need all of those things, plus: 1 copy of DD-WRT firmware for your Wi-Fi router We’re conducting the experiment with a Linksys WRT54GL Wi-Fi router. The WRT54 series is one of the best selling Wi-Fi router series of all time and there’s a good chance a significant number of readers have one (or more) of them stuffed in an office closet. Even if you don’t have one of the WRT54 series routers, however, the principles we’re outlining here apply to all Wi-Fi routers; as long as your router administration panel allows the necessary changes you can follow right along with us. A quick note on the difference between the basic and advanced versions of this tutorial before we proceed. Your typical Wi-Fi router has 5 Ethernet ports on the back: 1 labeled “Internet”, “WAN”, or a variation thereof and intended to be connected to your DSL/Cable modem, and 4 labeled 1-4 intended to connect Ethernet devices like computers, printers, and game consoles directly to the Wi-Fi router. When you convert a Wi-Fi router to a switch, in most situations, you’ll lose two port as the “Internet” port cannot be used as a normal switch port and one of the switch ports becomes the input port for the Ethernet cable linking the switch to the main network. This means, referencing the diagram above, you’d lose the WAN port and LAN port 1, but retain LAN ports 2, 3, and 4 for use. If you only need to switch for 2-3 devices this may be satisfactory. However, for those of you that would prefer a more traditional switch setup where there is a dedicated WAN port and the rest of the ports are accessible, you’ll need to flash a third-party router firmware like the powerful DD-WRT onto your device. Doing so opens up the router to a greater degree of modification and allows you to assign the previously reserved WAN port to the switch, thus opening up LAN ports 1-4. Even if you don’t intend to use that extra port, DD-WRT offers you so many more options that it’s worth the extra few steps. Preparing Your Router for Life as a Switch Before we jump right in to shutting down the Wi-Fi functionality and repurposing your device as a network switch, there are a few important prep steps to attend to. First, you want to reset the router (if you just flashed a new firmware to your router, skip this step). Following the reset procedures for your particular router or go with what is known as the “Peacock Method” wherein you hold down the reset button for thirty seconds, unplug the router and wait (while still holding the reset button) for thirty seconds, and then plug it in while, again, continuing to hold down the rest button. Over the life of a router there are a variety of changes made, big and small, so it’s best to wipe them all back to the factory default before repurposing the router as a switch. Second, after resetting, we need to change the IP address of the device on the local network to an address which does not directly conflict with the new router. The typical default IP address for a home router is 192.168.1.1; if you ever need to get back into the administration panel of the router-turned-switch to check on things or make changes it will be a real hassle if the IP address of the device conflicts with the new home router. The simplest way to deal with this is to assign an address close to the actual router address but outside the range of addresses that your router will assign via the DHCP client; a good pick then is 192.168.1.2. Once the router is reset (or re-flashed) and has been assigned a new IP address, it’s time to configure it as a switch. Basic Router to Switch Configuration If you don’t want to (or need to) flash new firmware onto your device to open up that extra port, this is the section of the tutorial for you: we’ll cover how to take a stock router, our previously mentioned WRT54 series Linksys, and convert it to a switch. Hook the Wi-Fi router up to the network via one of the LAN ports (consider the WAN port as good as dead from this point forward, unless you start using the router in its traditional function again or later flash a more advanced firmware to the device, the port is officially retired at this point). Open the administration control panel via  web browser on a connected computer. Before we get started two things: first,  anything we don’t explicitly instruct you to change should be left in the default factory-reset setting as you find it, and two, change the settings in the order we list them as some settings can’t be changed after certain features are disabled. To start, let’s navigate to Setup ->Basic Setup. Here you need to change the following things: Local IP Address: [different than the primary router, e.g. 192.168.1.2] Subnet Mask: [same as the primary router, e.g. 255.255.255.0] DHCP Server: Disable Save with the “Save Settings” button and then navigate to Setup -> Advanced Routing: Operating Mode: Router This particular setting is very counterintuitive. The “Operating Mode” toggle tells the device whether or not it should enable the Network Address Translation (NAT)  feature. Because we’re turning a smart piece of networking hardware into a relatively dumb one, we don’t need this feature so we switch from Gateway mode (NAT on) to Router mode (NAT off). Our next stop is Wireless -> Basic Wireless Settings: Wireless SSID Broadcast: Disable Wireless Network Mode: Disabled After disabling the wireless we’re going to, again, do something counterintuitive. Navigate to Wireless -> Wireless Security and set the following parameters: Security Mode: WPA2 Personal WPA Algorithms: TKIP+AES WPA Shared Key: [select some random string of letters, numbers, and symbols like JF#d$di!Hdgio890] Now you may be asking yourself, why on Earth are we setting a rather secure Wi-Fi configuration on a Wi-Fi router we’re not going to use as a Wi-Fi node? On the off chance that something strange happens after, say, a power outage when your router-turned-switch cycles on and off a bunch of times and the Wi-Fi functionality is activated we don’t want to be running the Wi-Fi node wide open and granting unfettered access to your network. While the chances of this are next-to-nonexistent, it takes only a few seconds to apply the security measure so there’s little reason not to. Save your changes and navigate to Security ->Firewall. Uncheck everything but Filter Multicast Firewall Protect: Disable At this point you can save your changes again, review the changes you’ve made to ensure they all stuck, and then deploy your “new” switch wherever it is needed. Advanced Router to Switch Configuration For the advanced configuration, you’ll need a copy of DD-WRT installed on your router. Although doing so is an extra few steps, it gives you a lot more control over the process and liberates an extra port on the device. Hook the Wi-Fi router up to the network via one of the LAN ports (later you can switch the cable to the WAN port). Open the administration control panel via web browser on the connected computer. Navigate to the Setup -> Basic Setup tab to get started. In the Basic Setup tab, ensure the following settings are adjusted. The setting changes are not optional and are required to turn the Wi-Fi router into a switch. WAN Connection Type: Disabled Local IP Address: [different than the primary router, e.g. 192.168.1.2] Subnet Mask: [same as the primary router, e.g. 255.255.255.0] DHCP Server: Disable In addition to disabling the DHCP server, also uncheck all the DNSMasq boxes as the bottom of the DHCP sub-menu. If you want to activate the extra port (and why wouldn’t you), in the WAN port section: Assign WAN Port to Switch [X] At this point the router has become a switch and you have access to the WAN port so the LAN ports are all free. Since we’re already in the control panel, however, we might as well flip a few optional toggles that further lock down the switch and prevent something odd from happening. The optional settings are arranged via the menu you find them in. Remember to save your settings with the save button before moving onto a new tab. While still in the Setup -> Basic Setup menu, change the following: Gateway/Local DNS : [IP address of primary router, e.g. 192.168.1.1] NTP Client : Disable The next step is to turn off the radio completely (which not only kills the Wi-Fi but actually powers the physical radio chip off). Navigate to Wireless -> Advanced Settings -> Radio Time Restrictions: Radio Scheduling: Enable Select “Always Off” There’s no need to create a potential security problem by leaving the Wi-Fi radio on, the above toggle turns it completely off. Under Services -> Services: DNSMasq : Disable ttraff Daemon : Disable Under the Security -> Firewall tab, uncheck every box except “Filter Multicast”, as seen in the screenshot above, and then disable SPI Firewall. Once you’re done here save and move on to the Administration tab. Under Administration -> Management:  Info Site Password Protection : Enable Info Site MAC Masking : Disable CRON : Disable 802.1x : Disable Routing : Disable After this final round of tweaks, save and then apply your settings. Your router has now been, strategically, dumbed down enough to plod along as a very dependable little switch. Time to stuff it behind your desk or entertainment center and streamline your cabling.

• Stream Media and Live TV Across the Internet with Orb

  Looking for a way to stream your media collection across the Internet? Or perhaps watch and record TV remotely? Today we are going to look at how to do all that and more with Orb. Requirements Windows XP / Vista / 7 or Intel based Mac w/ OS X 10.5 or later. 1 GB RAM or more Pentium 4 2.4 GHz or higher / AMD Athlon 3200+ Broadband connections TV Tuner for streaming and recording live TV (optional) Note: Slower internet connections may result in stuttering during playback. Installation and Setup Download and install Orb on your home computer. (Download link below) You’ll want to take the defaults for the initial portion of the install. When we get to the Orb Account setup portion of the install is when we will have to enter information and make some decisions. Choose your language and click Next. We’ll need to create and user account and password. A valid email address is required as we’ll need to confirm the account later. Click Next.   Now you’ll want to choose your media sources. Orb will automatically look for folders that may contain media files. You can add or remove folders click on the (+) or (-) buttons. To remove a folder, click on it once to select it from the list and then click the minus (-) button. To add a folder, click the plus (+) button and browse for the folder. You can add local folders as well as shared folders from networked computers and USB attached storage. Note: Both the host computer running Orb and the networked computer will need to be running to access shared network folders remotely. When you’ve selected all your media files, click Next. Orb will proceed to index your media files… When the indexing is complete, click Next. Orb TV Setup Note: Streaming Live TV to Macs is not currently supported. If you have a TV tuner card connected to your PC, you can opt to configure Orb to stream live or recorded TV. Click Next  to configure TV. Or, choose Skip if you don’t wish to configure Orb for TV.   If you have a Digital tuner card, type in your Zip Code and click Get List to pull your channel listings. Select a TV provider from the list and click Next. If not, click Skip.   You can select or deselect any channels by checking or un-checking the box to each channel. Select Auto Scan to let Orb find more channels or disable the ones with no reception. Click Next when finished.   Next choose an analog provider, if necessary, and click Next.   Select “Yes” or “No” for a set top box and click Next. Just as we did with the Digital tuner, select or deselect any channels by checking or un-checking the box to each channel. Select Auto Scan to let Orb find more channels or disable the ones with no reception. Click Next when finished.   Now we’re finished with the setup. Click Close. Accessing your Media Remotely Media files are accessed through a web-based interface. Before we go any further, however, we’ll need to confirm our username and password. Check your inbox for an email from Orb Networks. Click the enclosed confirmation link. You’ll be prompted to enter the username and password you selected in your browser then click Next.   Your account will be confirmed. Now, we’re ready to enjoy our media remotely. To get started, point your browser to the MyCast website from your remote computer. (See link below) Enter your credentials and click Log In. Once logged in, you’ll be presented with the MyCast Home screen. By default you’ll see a handful of “channels” such as a TV program guide, random audio and photos, video favorites, and weather. You can add, remove, or customize channels. To add additional channels, click on Add Channels at the top right…   …and select from the dropdown list. To access your full media libraries, click Open Application at the top left and select from one of the options. Live and Recorded TV If you have a TV tuner card you configured for Orb, you’ll see your program guide on the TV / Webcams screen. To watch or record a show, click on the program listing to bring up a detail box. Then click the red button to record, or the green button to play. When recording a show, you’ll see a pulsating red icon at the top right of the listing in the program guide. If you want to watch Live TV, you may be prompted to choose your media player, depending on your browser and settings. Playback should begin shortly.   Note for Windows Media Center Users If you try to stream live TV in Orb while Windows Media Center is running on your PC, you’ll get an error message. Click the Stop MediaCenter button and then try again.   Audio On the Audio screen, you’ll find your music files indexed by genre, artist, and album. You can play a selection by clicking once and then clicking the green play button, or by simply double-clicking.   Playback will begin in the default media player for the streaming format.   Video Video works essentially the same as audio. Click on a selection and press the green play button, or double-click on the video title. Video playback will begin in the default media player for the streaming format.   Streaming Formats You can change the default streaming format in the control panel settings. To access the Control Panel, click on Open Applications  and select Control Panel. You can also click Settings at the top right.   Select General from the drop down list and then click on the Streaming Formats tab. You are provided four options. Flash, Windows Media, .SDP, and .PLS.   Creating Playlists To create playlists, drag and drop your media title to the playlist work area on the right, or click Add to playlist on the top menu. Click Save when finished.    Sharing your Media Orb allows you to share media playlists across the Internet with friends and family. There are a few ways to accomplish this. We’ll start by click the Share button at the bottom of the playlist work area after you’ve compiled your playlist. You’ll be prompted to choose a method by which to share your playlist. You’ll have the option to share your playlist publicly or privately. You can share publically through links, blogs, or on your Orb public profile.  By choosing the Public Profile option, Orb will automatically create a profile page for you with a URL like http://public.orb.com/username that anyone can easily access on the Internet. The private sharing option allows you to invite friends by email and requires recipients to register with Orb. You can also give your playlist a custom name, or accept the auto-generated title. Click OK when finished. Users who visit your public profile will be able to view and stream any of your shared playlists to their computer or supported device.   Portable Media Devices and Smartphones Orb can stream media to many portable devices and 3G phones. Streaming audio is supported on the iPhone and iPod Touch through the Safari browser. However, video and live TV streaming requires the Orb Live iPhone App.  Orb Live is available in the App store for $9.99. To stream media to your portable device, go to the MyCast website in your mobile browser and login. Browse for your media or playlist. Make a selection and play the media. Playback will begin. We found streaming music to both the Droid and the iPhone to work quite nicely. Video playback on the Droid, however, left a bit to be desired. The video looked good, but the audio tended to be out of sync. System Tray Control Panel By default Orb runs in the system tray on start up. To access the System Tray Control Panel, right-click on the Orb icon in the system tray and select Control Panel. Login with your Orb username and  password and click OK.   From here you can add or remove media sources, add manage accounts, change your password, and more. If you’d rather not run Orb on Startup, click the General icon.   Unselect the checkbox next to Start Orb when the system starts. Conclusion It may seem like a lot of steps, but getting Orb up and running isn’t terribly difficult. Orb is available for both Windows and Intel based Macs. It also supports streaming to many Game Consoles such as the Wii, PS3, and XBox 360. • Productivity Tips

  A few months ago during my first end of year review at Microsoft I was doing an assessment of my year.  One of my personal goals to come out of this reflection was to improve my personal productivity.  While I hear many people say “I wish I had more hours in the day so that I could get more done” I feel like that is the wrong approach.  There is an inherent assumption that you are being productive with your time that you already have and thus more time would allow you to be as productive given more time.    Instead of wishing I could add more hours to the day I’ve begun adopting a number of processes or behavior changes in my personal life to make better use of my time with the goal of improving productivity.  The areas of focus are as follows: Focus Processes Tools Personal health Email Note: A number of these topics have spawned from reading Scott Hanselman’s blog posts on productivity, reading of David Allen’s book Getting Things Done, and discussions with friends and coworkers who had great insights into this topic.   Focus Pre-reading / viewing: Overcome your work addiction Millennials paralyzed by choice Its Not What You Read Its What You Ignore (Scott Hanselman video)    I highly recommend Scott Hanselman’s video above and this post before continuing with this article.  It is well worth the 40+ mins price of admission for the video and couple minutes for article.  One key takeaway for me was listing out my activities in an average week and realizing which ones held little or no value to me.  We all have a finite amount of time to work each day.  Do you know how much time and effort you spend on various aspects of your life (family, friends, religion, work, personal happiness, etc.)?  Do your actions and commitments reflect your priorities?    The biggest time consumers with little value for me were time spent on social media services (Twitter and Facebook), playing an MMO video game, and watching TV.  I still check up on Facebook, Twitter, Microsoft internal chat forums, and other services to keep contact with others but I’ve reduced that time significantly.  As for TV I’ve cut the cord and no longer subscribe to cable TV.  Instead I use Netflix, RedBox, and over the air channels but again with reduced time consumption.  With the time I’ve freed up I’m back to working out 2-3 times a week and reading 4 nights a week (both of which I had been neglecting previously).  I’ll mention a few tools for helping measure your time in the Tools section.   Processes    Do not multi-task.  I’ll say it again.  Do not multi-task.  There is no such thing as multi tasking.  The human brain is optimized to work on one thing at a time.  When you are “multi-tasking” you are really doing 2 or more things at less than 100%, usually by a wide margin.  I take pride in my work and when I’m doing something less than 100% the results typically degrade rapidly.    Now there are some ways of bending the rules of physics for this one.  There is the notion of getting a double amount of work done in the same timeframe.  Some examples would be listening to podcasts / watching a movie while working out, using a treadmill as your work desk, or reading while in the bathroom.    Personally I’ve found good results in combining one task that does not require focus (making dinner, playing certain video games, working out) and one task that does (watching a movie, listening to podcasts).  I believe this is related to me being a visual and kinesthetic (using my hands or actually doing it) learner.  I’m terrible with auditory learning.  My fiance and I joke that sometimes we talk and talk to each other but never really hear each other.   Goals / Tasks    Goals can give us direction in life and a sense of accomplishment when we complete them.  Goals can also overwhelm us and give us a sense of failure when we don’t complete them.  I propose that you shift your perspective and not dwell on all of the things that you haven’t gotten done, but focus instead on regularly setting measureable goals that are within reason of accomplishing.    At the end of each time frame have a retrospective to review your progress.  Do not feel guilty about what you did not accomplish.  Feel proud of what you did accomplish and readjust your goals for the next time frame to more attainable goals.  Here is a sample schedule I’ve seen proposed by some.  I have not consistently set goals for each timeframe, but I do typically set 3 small goals a day (this blog post is #2 for today). Each day set 3 small goals Each week set 3 medium goals Each month set 1 large goal Each year set 2 very large goals   Tools    Tools are an extension of our human body.  They help us extend beyond what we can physically and mentally do.  Below are some tools I use almost daily or have found useful as of late. Disclaimer: I am not getting endorsed to promote any of these products.  I just happen to like them and find them useful. Instapaper – Save internet links for reading later.  There are many tools like this but I’ve found this to be a great one.  There is even a “read it later” JavaScript button you can add to your browser so when you navigate to a site it will then add this to your list. Stacks for Instapaper – A Windows Phone 7 app for reading my Instapaper articles on the go.  It does require a subscription to Instapaper (nominal $3 every three months) but is easily worth the cost.  Alternatively you can set up your Kindle to sync with Instapaper easily but I haven’t done so. SlapDash Podcast – Apps for Windows Phone and  Windows 8 (possibly other platforms) to sync podcast viewing / listening across multiple devices.  Now that I have my Surface RT device (which I love) this is making my consumption easier to manage. Feed Reader – Simple Windows 8 app for quickly catching up on my RSS feeds.  I used to have hundreds of unread items all the time.  Now I’m down to 20-50 regularly and it is much easier and faster to consume on my Surface RT.  There is also a free version (which I use) and I can’t see much different between the free and paid versions currently. Rescue Time – Have you ever wondered how much time you’ve spent on websites vs. email vs. “doing work”?  This service tracks your computer actions and then lets you report on them.  This can help you quantitatively identify areas where your actions are not in line with your priorities. PowerShell – Windows automation tool.  It is now built into every client and server OS.  This tool has saved me days (and I mean the full 24 hrs worth) of time and effort in the past year alone.  If you haven’t started learning PowerShell and you administrating any Windows OS or server product you need to start today. Various blogging tools – I wrote a post a couple years ago called How I Blog about my blogging process and tools used.  Almost all of it still applies today.   Personal Health    Some of these may be common sense or debatable, but I’ve found them to help prioritize my daily activities. Get plenty of sleep on a regular basis.  Sacrificing sleep too many nights a week negatively impacts your cognition, attitude, and overall health. Exercise at least three days.  Exercise could be lifting weights, taking the stairs up multiple flights of stairs, walking for 20 mins, or a number of other "non-traditional” activities.  I find that regular exercise helps with sleep and improves my overall attitude. Eat a well balanced diet.  Too much sugar, caffeine, junk food, etc. are not good for your body.  This is not a matter of losing weight but taking care of your body and helping you perform at your peak potential.   Email    Email can be one of the biggest time consumers (i.e. waster) if you aren’t careful. Time box your email usage.  Set a meeting invite for yourself if necessary to limit how much time you spend checking email. Use rules to prioritize your email.  Email from external customers, my manager, or include me directly on the To line go into my inbox.  Everything else goes a level down and I have 30+ rules to further sort it, mostly distribution lists. Use keyboard shortcuts (when available).  I use Outlook for my primary email and am constantly hitting Alt + S to send, Ctrl + 1 for my inbox, Ctrl + 2 for my calendar, Space / Tab / Shift + Tab to mark items as read, and a number of other useful commands.  Learn them and you’ll see your speed getting through emails increase. • When Your Boss Doesn't Want you to Succeed

  You're working hard to get an application finished. You are programming long into the evenings sometimes, and eating sandwiches at your desk instead of taking a lunch break. Then one day you glance up at the IT manager, serene in his mysterious round of meetings, and think 'Does he actually care whether this project succeeds or not?'. The question may seem absurd. Of course the project must succeed. The truth, as always, is often far more complex. Your manager may even be doing his best to make sure you don't succeed. Why? There have always been rich pickings for the unscrupulous in IT.  In extreme cases, where administrators struggle with scarcely-comprehended technical issues, huge sums of money can be lost and gained without any perceptible results. In a very few cases can fraud be proven: most of the time, the intricacies of the 'game' are such that one can do little more than harbor suspicion.  Where does over-enthusiastic salesmanship end and fraud begin? The Business of Information Technology provides rich opportunities for White-collar crime. The poor developer has his, or her, hands full with the task of wrestling with the sheer complexity of building an application. He, or she, has no time for following the complexities of the chicanery of the management that is directing affairs.  Most likely, the developers wouldn't even suspect that their company management had ulterior motives. I'll illustrate what I mean with an entirely fictional, hypothetical, example. The Opportunist and the Aged Charities often do good, unexciting work that is funded by the income from a bequest that dates back maybe hundreds of years.  In our example, it isn't exciting work, for it involves the welfare of elderly people who have fallen on hard times.  Volunteers visit, giving a smile and a chat, and check that they are all right, but are able to spend a little money on their discretion to ameliorate any pressing needs for these old folk.  The money is made to work very hard and the charity averts a great deal of suffering and eases the burden on the state. Daisy hears the garden gate creak as Mrs Rainer comes up the path. She looks forward to her twice-weekly visit from the nice lady from the trust. She always asked ‘is everything all right, Love’. Cheeky but nice. She likes her cheery manner. She seems interested in hearing her memories, and talking about her far-away family. She helps her with those chores in the house that she couldn’t manage and once even paid to fill the back-shed with coke, the other year. Nice, Mrs. Rainer is, she thought as she goes to open the door. The trustees are getting on in years themselves, and worry about the long-term future of the charity: is it relevant to modern society? Is it likely to attract a new generation of workers to take it on. They are instantly attracted by the arrival to the board of a smartly dressed University lecturer with the ear of the present Government. Alain 'Stalin' Jones is earnest, persuasive and energetic. The trustees welcome him to the board and quickly forgive his humorless political-correctness. He talks of 'diversity', 'relevance', 'social change', 'equality' and 'communities', but his eye is on that huge bequest. Alain first came to notice as a Trotskyite union official, who insinuated himself into one of the duller Trades Unions and turned it, through his passionate leadership, into a radical, headline-grabbing organization.  Middle age, and the rise of European federal socialism, had brought him quiet prosperity and charcoal suits, an ear in the current government, and a wide influence as a member of various Quangos (government bodies staffed by well-paid unelected courtiers).  He was employed as a 'consultant' by several organizations that relied on government contracts. After gaining the confidence of the trustees, and showing a surprising knowledge of mundane processes and the regulatory framework of charities, Alain launches his plan.  The trust will expand their work by means of a bold IT initiative that will coordinate the interventions of several 'caring agencies', and provide  emergency cover, a special Website so anxious relatives can see how their elderly charges are doing, and a vastly more efficient way of coordinating the work of the volunteer carers. It will also provide a special-purpose site that gives 'social networking' facilities, rather like Facebook, to the few elderly folk on the lists with access to the internet. The trustees perk up. Their own experience of the internet is restricted to the occasional scanning of railway timetables, but they can see that it is 'relevant'. In his next report to the other trustees, Alain proudly announces that all this glamorous and exciting technology can be paid for by a grant from the government. He admits darkly that he has influence. True to his word, the government promises a grant of a size that is an order of magnitude greater than any budget that the trustees had ever handled. There was the understandable proviso that the company that would actually do the IT work would have to be one of the government's preferred suppliers and the work would need to be tendered under EU competition rules. The only company that tenders, a multinational IT company with a long track record of government work, quotes ten million pounds for the work. A trustee questions the figure as it seems enormous for the reasonably trivial internet facilities being built, but the IT Salesmen dazzle them with presentations and three-letter acronyms until they subside into quiescent acceptance. After all, they can’t stay locked in the Twentieth century practices can they? The work is put in hand with a large project team, in a splendid glass building near west London. The trustees see rooms of programmers working diligently at screens, and who talk with enthusiasm of the project. Paul, the project manager, looked through his resource schedule with growing unease. His initial excitement at being given his first major project hadn’t lasted. He’d been allocated a lackluster team of developers whose skills didn’t seem right, and he was allowed only a couple of contractors to make good the deficit. Strangely, the presentation he’d given to his management, where he’d saved time and resources with a OTS solution to a great deal of the development work, and a sound conservative architecture, hadn’t gone down nearly as big as he’d hoped. He almost got the feeling they wanted a more radical and ambitious solution. The project starts slipping its dates. The costs build rapidly. There are certain uncomfortable extra charges that appear, such as the £600-a-day charge by the 'Business Manager' appointed to act as a point of liaison between the charity and the IT Company.  When he appeared, his face permanently split by a 'Mr Sincerity' smile, they'd thought he was provided at the cost of the IT Company. Derek, the DBA, didn’t have to go to the server room quite some much as he did: but It got him away from the poisonous despair of the development group. Wave after wave of events had conspired to delay the project.  Why the management had imposed hideous extra bureaucracy to cover ISO 9000 and 9001:2008 accreditation just as the project was struggling to get back on-schedule was  beyond belief.  Then  the Business manager was coming back with endless changes in scope, sorrowing saying that the Trustees were very insistent, though hopelessly out in touch with the reality of technical challenges. Suddenly, the costs mount to the point of consuming the government grant in its entirety. The project remains tantalizingly just out of reach. Alain Jones gives an emotional rallying speech at the trustees review meeting, urging them not to lose their nerve. Sadly, the trustees dip into the accumulated capital of the trust, the seed-corn of all their revenues, in order to save the IT project. A few months later it is all over. The IT project is never delivered, even though it had seemed so incredibly close.  With the trust's capital all gone, the activities it funded have to be terminated and the trust becomes just a shell. There aren't even the funds to mount a legal challenge against the IT company, even had the trust's solicitor advised such a foolish thing. Alain leaves as suddenly as he had arrived, only to pop up a few months later, bronzed and rested, at another charity. The IT workers who were permanent employees are dispersed to other projects, and the contractors leave to other contracts. Within months the entire project is but a vague memory. One or two developers remain  puzzled that their managers had been so obstructive when they should have welcomed progress toward completion of the project, but they put it down to incompetence and testosterone. Few suspected that they were actively preventing the project from getting finished. The relationships between the IT consultancy, and the government of the day are intricate, and made more complex by the Private Finance initiatives and political patronage.  The losers in this case were the taxpayers, and the beneficiaries of the trust, and, perhaps the soul of the original benefactor of the trust, whose bid to give his name some immortality had been scuppered by smooth-talking white-collar political apparatniks.  Even now, nobody is certain whether a crime was ever committed. The perfect heist, I guess. Where’s the victim? "I hear that Daisy’s cottage is up for sale. She’s had to go into a care home.  She didn’t want to at all, but then there is nobody to keep an eye on her since she had that minor stroke a while back.  A charity used to help out. The ‘social’ don’t have the funding, evidently for community care. Yes, her old cat was put down. There was a good clearout, and now the house is all scrubbed and cleared ready for sale. The skip was full of old photos and letters, memories. No room in her new ‘home’."

• SQL Server SQL Injection from start to end

  SQL injection is a method by which a hacker gains access to the database server by injecting specially formatted data through the user interface input fields. In the last few years we have witnessed a huge increase in the number of reported SQL injection attacks, many of which caused a great deal of damage. A SQL injection attack takes many guises, but the underlying method is always the same. The specially formatted data starts with an apostrophe (') to end the string column (usually username) check, continues with malicious SQL, and then ends with the SQL comment mark (--) in order to comment out the full original SQL that was intended to be submitted. The really advanced methods use binary or encoded text inputs instead of clear text. SQL injection vulnerabilities are often thought to be a database server problem. In reality they are a pure application design problem, generally resulting from unsafe techniques for dynamically constructing SQL statements that require user input. It also doesn't help that many web pages allow SQL Server error messages to be exposed to the user, having no input clean up or validation, allowing applications to connect with elevated (e.g. sa) privileges and so on. Usually that's caused by novice developers who just copy-and-paste code found on the internet without understanding the possible consequences. The first line of defense is to never let your applications connect via an admin account like sa. This account has full privileges on the server and so you virtually give the attacker open access to all your databases, servers, and network. The second line of defense is never to expose SQL Server error messages to the end user. Finally, always use safe methods for building dynamic SQL, using properly parameterized statements. Hopefully, all of this will be clearly demonstrated as we demonstrate two of the most common ways that enable SQL injection attacks, and how to remove the vulnerability. 1) Concatenating SQL statements on the client by hand 2) Using parameterized stored procedures but passing in parts of SQL statements As will become clear, SQL Injection vulnerabilities cannot be solved by simple database refactoring; often, both the application and database have to be redesigned to solve this problem. Concatenating SQL statements on the client This problem is caused when user-entered data is inserted into a dynamically-constructed SQL statement, by string concatenation, and then submitted for execution. Developers often think that some method of input sanitization is the solution to this problem, but the correct solution is to correctly parameterize the dynamic SQL. In this simple example, the code accepts a username and password and, if the user exists, returns the requested data. First the SQL code is shown that builds the table and test data then the C# code with the actual SQL Injection example from beginning to the end. If you find code that contains such problems, then refactoring is not optional; it simply has to be done and no amount of deadline pressure should be a reason not to do it. Better yet, of course, never allow such vulnerabilities into your code in the first place. Your business is only as valuable as your data. If you lose your data, you lose your business. Period. Incorrect parameterization in stored procedures It is a common misconception that the mere act of using stored procedures somehow magically protects you from SQL Injection. There is no truth in this rumor. If you build SQL strings by concatenation and rely on user input then you are just as vulnerable doing it in a stored procedure as anywhere else. This anti-pattern often emerges when developers want to have a single "master access" stored procedure to which they'd pass a table name, column list or some other part of the SQL statement. This may seem like a good idea from the viewpoint of object reuse and maintenance but it's a huge security hole. Hopefully I've managed to demonstrate the dangers of such code. Even if you think your code is safe, double check. If there's even one place where you're not using proper parameterized SQL you have vulnerability and SQL injection can bare its ugly teeth.

• VLC 2.0.3 on Lubuntu 12.04: No audio?

  I am on Lubuntu 12.04, and I have installed VLC media player version 2.0.3. When I try and play an audio file, it appears to load fine, and the media position bar displays the progress, and it says it is playing, but I can't here any thing through my speakers. I can hear game audio, web audio, and audio from SMPlayer just fine, but with VLC, I can't here anything. It would eventually start working after I messed around with the audio settings, but it happened every restart. I eventually switched to SMPlayer, but now I need some of the features that VLC offers, but I still can't use VLC. At this point, the audio can not be heard at all, and the method I used before, messing around with the audio settings, isn't getting me anywhere. • Going Paperless

  One year ago I came to work for a company where the entire development team is 100% “remote”; we’re spread over 3 time zones and each of us works from home. This seems to be an increasingly popular way for people to work and there are many articles and blog posts out there enumerating the advantages and disadvantages of working this way. I had read a lot about telecommuting before accepting this job and felt as if I had a pretty decent idea of what I was getting into, but I’ve encountered a few things over the past year that I did not expect. Among the most surprising by-products of working from home for me has been a dramatic reduction in the amount of paper that I use on a weekly basis. Hoarding In The Workplace Prior to my current telecommute job I worked in what most would consider pretty traditional office environments. I sat in cubicles furnished with an enormous plastic(ish) modular desks, had a mediocre (at best) PC workstation, and had ready access to a seemingly endless supply of legal pads, pens, staplers and paper clips. The ready access to paper, countless conference room meetings, and abundance of available surface area on my desk and in drawers created a perfect storm for wasting paper. I brought a pad of paper with me to every meeting I ever attended, scrawled some brief notes, and then tore that sheet off to keep next to my keyboard to follow up on any needed action items. Once my immediate need for the notes was fulfilled, that sheet would get shuffled off into a corner of my desk or filed away in a drawer “just in case”. I would guess that for all of the notes that I ever filed away, I might have actually had to dig up and refer to 2% of them (and that’s probably being very generous). That said, on those rare occasions that I did have to dig something up from old notes, it was usually pretty important and I ended up being very glad that I saved them. It was only when I would leave a job or move desks that I would finally gather all those notes together and take them to shredding bin to be disposed of. When I left my last job the amount of paper I had accumulated over my three years there was absurd, and I knew coworkers who had substance-abuse caliber paper wasting addictions that made my bad habit look like nail-biting in comparison. A Product Of My Environment I always hated using all of this paper, but simply couldn’t bring myself to stop. It would look bad if I showed up to an important conference room meeting without a pad of paper. What if someone said something profound! Plus, everyone else always brought paper with them. If you saw someone walking down the hallway with a pad of paper in hand you knew they must be on their way to a conference room meeting. Some people even had fancy looking portfolio notebook sheaths that gave their legal pads all the prestige of a briefcase. No one ever worried about running out of fresh paper because there was an endless supply, and there certainly was no shortage of places to store and file used paper. In short, the traditional office was setup for using tons and tons of paper; it’s baked into the culture there. For that reason, it didn’t take long for me to kick the paper habit once I started working from home. In my home office, desk and drawer space are at a premium. I don’t have the budget (or the tolerance) for huge modular office furniture in my spare bedroom. I also no longer have access to a bottomless pit of office supplies stock piled in cabinets and closets. If I want to use some paper, I have to go out and buy it. Finally (and most importantly), all of the meetings that I have to attend these days are “virtual”. We use instant messaging, VOIP, video conferencing, and e-mail to communicate with each other. All I need to take notes during a meeting is my computer, which I happen to be sitting right in front of all day. I don’t have any hard numbers for this, but my gut feeling is that I actually take a lot more notes now than I ever did when I worked in an office. The big difference is I don’t have to use any paper to do so. This makes it far easier to keep important information safe and organized. The Right Tool For The Job When I first started working from home I tried to find a single application that would fill the gap left by the pen and paper that I always had at my desk when I worked in an office. Well, there are no silver bullets and I’ve evolved my approach over time to try and find the best tool for the job at hand. Here’s a quick summary of how I take notes and keep everything organized. Notepad++ – This is the first application I turn to when I feel like there’s some bit of information that I need to write down and save. I use Launchy, so opening Notepad++ and creating a new file only takes a few keystrokes. If I find that the information I’m trying to get down requires a more sophisticated application I escalate as needed. The Desktop – By default, I save every file or other bit of information to the desktop. Anyone who has ever had to fix their parents computer before knows that this is a dangerous game (any file my mother has ever worked on is saved directly to the desktop and rarely moves anywhere else). I agree that storing things on the desktop isn’t a great long term approach to keeping organized, which is why I treat my desktop a bit like my e-mail inbox. I strive to keep both empty (or as close to empty as I possibly can). If something is on my desktop, it means that it’s something relevant to a task or project that I’m currently working on. About once a week I take things that I’m not longer working on and put them into my ‘Notes’ folder. The ‘Notes’ Folder – As I work on a task, I tend to accumulate multiple files associated with that task. For example, I might have a bit of SQL that I’m working on to gather data for a new report, a quick C# method that I came up with but am not yet ready to commit to source control, a bulleted list of to-do items in a .txt file, etc. If the desktop starts to get too cluttered, I create a new sub-folder in my ‘Notes’ folder. Each sub-folder’s name is the current date followed by a brief description of the task or project. Then all files related to that task or project go into that sub folder. By using the date as the first part of the folder name, these folders are automatically sorted in reverse chronological order. This means that things I worked on recently will generally be near the top of the list. Using the built-in Windows search functionality I now have a pretty quick and easy way to try and find something that I worked on a week ago or six months ago. Dropbox – Dropbox is a free service that lets you store up to 2GB of files “in the cloud” and have those files synced to all of the different computers that you use. My ‘Notes’ folder lives in Dropbox, meaning that it’s contents are constantly backed up and are always available to me regardless of which computer I’m using. They also have a pretty decent iPhone application that lets you browse and view all of the files that you have stored there. The free 2GB edition is probably enough for just storing notes, but I also pay $99/year for the 50GB storage upgrade and keep all of my music, e-books, pictures, and documents in Dropbox. It’s a fantastic service and I highly recommend it. Evernote – I use Evernote mostly to organize information that I access on a fairly regular basis. For example, my Evernote account has a running grocery shopping list, recipes that my wife and I use a lot, and contact information for people I contact infrequently enough that I don’t want to keep them in my phone. I know some people that keep nearly everything in Evernote, but there’s something about it that I find a bit clunky, so I tend to use it sparingly. Google Tasks – One of my biggest paper wasting habits was keeping a running task-list next to my computer at work. Every morning I would sit down, look at my task list, cross off what was done and add new tasks that I thought of during my morning commute. This usually resulted in having to re-copy the task list onto a fresh sheet of paper when I was done. I still keep a running task list at my desk, but I’ve started using Google Tasks instead. This is a dead-simple web-based application for quickly adding, deleting, and organizing tasks in a simple checklist style. You can quickly move tasks up and down on the list (which I use for prioritizing), and even create sub-tasks for breaking down larger tasks into smaller pieces. Balsamiq Mockups – This is a simple and lightweight tool for creating drawings of user interfaces. It’s great for sketching out a new feature, brainstorm the layout of a interface, or even draw up a quick sequence diagram. I’m terrible at drawing, so Balsamiq Mockups not only lets me create sketches that other people can actually understand, but it’s also handy because you can upload a sketch to a common location for other team members to access. I can honestly say that using these tools (and having limited resources at home) have lead me to cut my paper usage down to virtually none. If I ever were to return to a traditional office workplace (hopefully never!) I’d try to employ as many of these applications and techniques as I could to keep paper usage low. I feel far less cluttered and far better organized now.
