  • Zen and the Art of File and Folder Organization

    Is your desk a paragon of neatness, or does it look like a paper-bomb has gone off? If you’ve been putting off getting organized because the task is too huge or daunting, or you don’t know where to start, we’ve got 40 tips to get you on the path to zen mastery of your filing system. For all those readers who would like to get their files and folders organized, or, if they’re already organized, better organized—we have compiled a complete guide to getting organized and staying organized, a comprehensive article that will hopefully cover every possible tip you could want. Signs that Your Computer is Poorly Organized If your computer is a mess, you’re probably already aware of it.  But just in case you’re not, here are some tell-tale signs: Your Desktop has over 40 icons on it “My Documents” contains over 300 files and 60 folders, including MP3s and digital photos You use the Windows’ built-in search facility whenever you need to find a file You can’t find programs in the out-of-control list of programs in your Start Menu You save all your Word documents in one folder, all your spreadsheets in a second folder, etc Any given file that you’re looking for may be in any one of four different sets of folders But before we start, here are some quick notes: We’re going to assume you know what files and folders are, and how to create, save, rename, copy and delete them The organization principles described in this article apply equally to all computer systems.  However, the screenshots here will reflect how things look on Windows (usually Windows 7).  We will also mention some useful features of Windows that can help you get organized. Everyone has their own favorite methodology of organizing and filing, and it’s all too easy to get into “My Way is Better than Your Way” arguments.  The reality is that there is no perfect way of getting things organized.  When I wrote this article, I tried to keep a generalist and objective viewpoint.  I consider myself to be unusually well organized (to the point of obsession, truth be told), and I’ve had 25 years experience in collecting and organizing files on computers.  So I’ve got a lot to say on the subject.  But the tips I have described here are only one way of doing it.  Hopefully some of these tips will work for you too, but please don’t read this as any sort of “right” way to do it. At the end of the article we’ll be asking you, the reader, for your own organization tips. Why Bother Organizing At All? For some, the answer to this question is self-evident. And yet, in this era of powerful desktop search software (the search capabilities built into the Windows Vista and Windows 7 Start Menus, and third-party programs like Google Desktop Search), the question does need to be asked, and answered. I have a friend who puts every file he ever creates, receives or downloads into his My Documents folder and doesn’t bother filing them into subfolders at all.  He relies on the search functionality built into his Windows operating system to help him find whatever he’s looking for.  And he always finds it.  He’s a Search Samurai.  For him, filing is a waste of valuable time that could be spent enjoying life! It’s tempting to follow suit.  On the face of it, why would anyone bother to take the time to organize their hard disk when such excellent search software is available?  Well, if all you ever want to do with the files you own is to locate and open them individually (for listening, editing, etc), then there’s no reason to ever bother doing one scrap of organization.  But consider these common tasks that are not achievable with desktop search software: Find files manually.  Often it’s not convenient, speedy or even possible to utilize your desktop search software to find what you want.  It doesn’t work 100% of the time, or you may not even have it installed.  Sometimes its just plain faster to go straight to the file you want, if you know it’s in a particular sub-folder, rather than trawling through hundreds of search results. Find groups of similar files (e.g. all your “work” files, all the photos of your Europe holiday in 2008, all your music videos, all the MP3s from Dark Side of the Moon, all your letters you wrote to your wife, all your tax returns).  Clever naming of the files will only get you so far.  Sometimes it’s the date the file was created that’s important, other times it’s the file format, and other times it’s the purpose of the file.  How do you name a collection of files so that they’re easy to isolate based on any of the above criteria?  Short answer, you can’t. Move files to a new computer.  It’s time to upgrade your computer.  How do you quickly grab all the files that are important to you?  Or you decide to have two computers now – one for home and one for work.  How do you quickly isolate only the work-related files to move them to the work computer? Synchronize files to other computers.  If you have more than one computer, and you need to mirror some of your files onto the other computer (e.g. your music collection), then you need a way to quickly determine which files are to be synced and which are not.  Surely you don’t want to synchronize everything? Choose which files to back up.  If your backup regime calls for multiple backups, or requires speedy backups, then you’ll need to be able to specify which files are to be backed up, and which are not.  This is not possible if they’re all in the same folder. Finally, if you’re simply someone who takes pleasure in being organized, tidy and ordered (me! me!), then you don’t even need a reason.  Being disorganized is simply unthinkable. Tips on Getting Organized Here we present our 40 best tips on how to get organized.  Or, if you’re already organized, to get better organized. Tip #1.  Choose Your Organization System Carefully The reason that most people are not organized is that it takes time.  And the first thing that takes time is deciding upon a system of organization.  This is always a matter of personal preference, and is not something that a geek on a website can tell you.  You should always choose your own system, based on how your own brain is organized (which makes the assumption that your brain is, in fact, organized). We can’t instruct you, but we can make suggestions: You may want to start off with a system based on the users of the computer.  i.e. “My Files”, “My Wife’s Files”, My Son’s Files”, etc.  Inside “My Files”, you might then break it down into “Personal” and “Business”.  You may then realize that there are overlaps.  For example, everyone may want to share access to the music library, or the photos from the school play.  So you may create another folder called “Family”, for the “common” files. You may decide that the highest-level breakdown of your files is based on the “source” of each file.  In other words, who created the files.  You could have “Files created by ME (business or personal)”, “Files created by people I know (family, friends, etc)”, and finally “Files created by the rest of the world (MP3 music files, downloaded or ripped movies or TV shows, software installation files, gorgeous desktop wallpaper images you’ve collected, etc).”  This system happens to be the one I use myself.  See below:  Mark is for files created by meVC is for files created by my company (Virtual Creations)Others is for files created by my friends and familyData is the rest of the worldAlso, Settings is where I store the configuration files and other program data files for my installed software (more on this in tip #34, below). Each folder will present its own particular set of requirements for further sub-organization.  For example, you may decide to organize your music collection into sub-folders based on the artist’s name, while your digital photos might get organized based on the date they were taken.  It can be different for every sub-folder! Another strategy would be based on “currentness”.  Files you have yet to open and look at live in one folder.  Ones that have been looked at but not yet filed live in another place.  Current, active projects live in yet another place.  All other files (your “archive”, if you like) would live in a fourth folder. (And of course, within that last folder you’d need to create a further sub-system based on one of the previous bullet points). Put some thought into this – changing it when it proves incomplete can be a big hassle!  Before you go to the trouble of implementing any system you come up with, examine a wide cross-section of the files you own and see if they will all be able to find a nice logical place to sit within your system. Tip #2.  When You Decide on Your System, Stick to It! There’s nothing more pointless than going to all the trouble of creating a system and filing all your files, and then whenever you create, receive or download a new file, you simply dump it onto your Desktop.  You need to be disciplined – forever!  Every new file you get, spend those extra few seconds to file it where it belongs!  Otherwise, in just a month or two, you’ll be worse off than before – half your files will be organized and half will be disorganized – and you won’t know which is which! Tip #3.  Choose the Root Folder of Your Structure Carefully Every data file (document, photo, music file, etc) that you create, own or is important to you, no matter where it came from, should be found within one single folder, and that one single folder should be located at the root of your C: drive (as a sub-folder of C:\).  In other words, do not base your folder structure in standard folders like “My Documents”.  If you do, then you’re leaving it up to the operating system engineers to decide what folder structure is best for you.  And every operating system has a different system!  In Windows 7 your files are found in C:\Users\YourName, whilst on Windows XP it was C:\Documents and Settings\YourName\My Documents.  In UNIX systems it’s often /home/YourName. These standard default folders tend to fill up with junk files and folders that are not at all important to you.  “My Documents” is the worst offender.  Every second piece of software you install, it seems, likes to create its own folder in the “My Documents” folder.  These folders usually don’t fit within your organizational structure, so don’t use them!  In fact, don’t even use the “My Documents” folder at all.  Allow it to fill up with junk, and then simply ignore it.  It sounds heretical, but: Don’t ever visit your “My Documents” folder!  Remove your icons/links to “My Documents” and replace them with links to the folders you created and you care about! Create your own file system from scratch!  Probably the best place to put it would be on your D: drive – if you have one.  This way, all your files live on one drive, while all the operating system and software component files live on the C: drive – simply and elegantly separated.  The benefits of that are profound.  Not only are there obvious organizational benefits (see tip #10, below), but when it comes to migrate your data to a new computer, you can (sometimes) simply unplug your D: drive and plug it in as the D: drive of your new computer (this implies that the D: drive is actually a separate physical disk, and not a partition on the same disk as C:).  You also get a slight speed improvement (again, only if your C: and D: drives are on separate physical disks). Warning:  From tip #12, below, you will see that it’s actually a good idea to have exactly the same file system structure – including the drive it’s filed on – on all of the computers you own.  So if you decide to use the D: drive as the storage system for your own files, make sure you are able to use the D: drive on all the computers you own.  If you can’t ensure that, then you can still use a clever geeky trick to store your files on the D: drive, but still access them all via the C: drive (see tip #17, below). If you only have one hard disk (C:), then create a dedicated folder that will contain all your files – something like C:\Files.  The name of the folder is not important, but make it a single, brief word. There are several reasons for this: When creating a backup regime, it’s easy to decide what files should be backed up – they’re all in the one folder! If you ever decide to trade in your computer for a new one, you know exactly which files to migrate You will always know where to begin a search for any file If you synchronize files with other computers, it makes your synchronization routines very simple.   It also causes all your shortcuts to continue to work on the other machines (more about this in tip #24, below). Once you’ve decided where your files should go, then put all your files in there – Everything!  Completely disregard the standard, default folders that are created for you by the operating system (“My Music”, “My Pictures”, etc).  In fact, you can actually relocate many of those folders into your own structure (more about that below, in tip #6). The more completely you get all your data files (documents, photos, music, etc) and all your configuration settings into that one folder, then the easier it will be to perform all of the above tasks. Once this has been done, and all your files live in one folder, all the other folders in C:\ can be thought of as “operating system” folders, and therefore of little day-to-day interest for us. Here’s a screenshot of a nicely organized C: drive, where all user files are located within the \Files folder:   Tip #4.  Use Sub-Folders This would be our simplest and most obvious tip.  It almost goes without saying.  Any organizational system you decide upon (see tip #1) will require that you create sub-folders for your files.  Get used to creating folders on a regular basis. Tip #5.  Don’t be Shy About Depth Create as many levels of sub-folders as you need.  Don’t be scared to do so.  Every time you notice an opportunity to group a set of related files into a sub-folder, do so.  Examples might include:  All the MP3s from one music CD, all the photos from one holiday, or all the documents from one client. It’s perfectly okay to put files into a folder called C:\Files\Me\From Others\Services\WestCo Bank\Statements\2009.  That’s only seven levels deep.  Ten levels is not uncommon.  Of course, it’s possible to take this too far.  If you notice yourself creating a sub-folder to hold only one file, then you’ve probably become a little over-zealous.  On the other hand, if you simply create a structure with only two levels (for example C:\Files\Work) then you really haven’t achieved any level of organization at all (unless you own only six files!).  Your “Work” folder will have become a dumping ground, just like your Desktop was, with most likely hundreds of files in it. Tip #6.  Move the Standard User Folders into Your Own Folder Structure Most operating systems, including Windows, create a set of standard folders for each of its users.  These folders then become the default location for files such as documents, music files, digital photos and downloaded Internet files.  In Windows 7, the full list is shown below: Some of these folders you may never use nor care about (for example, the Favorites folder, if you’re not using Internet Explorer as your browser).  Those ones you can leave where they are.  But you may be using some of the other folders to store files that are important to you.  Even if you’re not using them, Windows will still often treat them as the default storage location for many types of files.  When you go to save a standard file type, it can become annoying to be automatically prompted to save it in a folder that’s not part of your own file structure. But there’s a simple solution:  Move the folders you care about into your own folder structure!  If you do, then the next time you go to save a file of the corresponding type, Windows will prompt you to save it in the new, moved location. Moving the folders is easy.  Simply drag-and-drop them to the new location.  Here’s a screenshot of the default My Music folder being moved to my custom personal folder (Mark): Tip #7.  Name Files and Folders Intelligently This is another one that almost goes without saying, but we’ll say it anyway:  Do not allow files to be created that have meaningless names like Document1.doc, or folders called New Folder (2).  Take that extra 20 seconds and come up with a meaningful name for the file/folder – one that accurately divulges its contents without repeating the entire contents in the name. Tip #8.  Watch Out for Long Filenames Another way to tell if you have not yet created enough depth to your folder hierarchy is that your files often require really long names.  If you need to call a file Johnson Sales Figures March 2009.xls (which might happen to live in the same folder as Abercrombie Budget Report 2008.xls), then you might want to create some sub-folders so that the first file could be simply called March.xls, and living in the Clients\Johnson\Sales Figures\2009 folder. A well-placed file needs only a brief filename! Tip #9.  Use Shortcuts!  Everywhere! This is probably the single most useful and important tip we can offer.  A shortcut allows a file to be in two places at once. Why would you want that?  Well, the file and folder structure of every popular operating system on the market today is hierarchical.  This means that all objects (files and folders) always live within exactly one parent folder.  It’s a bit like a tree.  A tree has branches (folders) and leaves (files).  Each leaf, and each branch, is supported by exactly one parent branch, all the way back to the root of the tree (which, incidentally, is exactly why C:\ is called the “root folder” of the C: drive). That hard disks are structured this way may seem obvious and even necessary, but it’s only one way of organizing data.  There are others:  Relational databases, for example, organize structured data entirely differently.  The main limitation of hierarchical filing structures is that a file can only ever be in one branch of the tree – in only one folder – at a time.  Why is this a problem?  Well, there are two main reasons why this limitation is a problem for computer users: The “correct” place for a file, according to our organizational rationale, is very often a very inconvenient place for that file to be located.  Just because it’s correctly filed doesn’t mean it’s easy to get to.  Your file may be “correctly” buried six levels deep in your sub-folder structure, but you may need regular and speedy access to this file every day.  You could always move it to a more convenient location, but that would mean that you would need to re-file back to its “correct” location it every time you’d finished working on it.  Most unsatisfactory. A file may simply “belong” in two or more different locations within your file structure.  For example, say you’re an accountant and you have just completed the 2009 tax return for John Smith.  It might make sense to you to call this file 2009 Tax Return.doc and file it under Clients\John Smith.  But it may also be important to you to have the 2009 tax returns from all your clients together in the one place.  So you might also want to call the file John Smith.doc and file it under Tax Returns\2009.  The problem is, in a purely hierarchical filing system, you can’t put it in both places.  Grrrrr! Fortunately, Windows (and most other operating systems) offers a way for you to do exactly that:  It’s called a “shortcut” (also known as an “alias” on Macs and a “symbolic link” on UNIX systems).  Shortcuts allow a file to exist in one place, and an icon that represents the file to be created and put anywhere else you please.  In fact, you can create a dozen such icons and scatter them all over your hard disk.  Double-clicking on one of these icons/shortcuts opens up the original file, just as if you had double-clicked on the original file itself. Consider the following two icons: The one on the left is the actual Word document, while the one on the right is a shortcut that represents the Word document.  Double-clicking on either icon will open the same file.  There are two main visual differences between the icons: The shortcut will have a small arrow in the lower-left-hand corner (on Windows, anyway) The shortcut is allowed to have a name that does not include the file extension (the “.docx” part, in this case) You can delete the shortcut at any time without losing any actual data.  The original is still intact.  All you lose is the ability to get to that data from wherever the shortcut was. So why are shortcuts so great?  Because they allow us to easily overcome the main limitation of hierarchical file systems, and put a file in two (or more) places at the same time.  You will always have files that don’t play nice with your organizational rationale, and can’t be filed in only one place.  They demand to exist in two places.  Shortcuts allow this!  Furthermore, they allow you to collect your most often-opened files and folders together in one spot for convenient access.  The cool part is that the original files stay where they are, safe forever in their perfectly organized location. So your collection of most often-opened files can – and should – become a collection of shortcuts! If you’re still not convinced of the utility of shortcuts, consider the following well-known areas of a typical Windows computer: The Start Menu (and all the programs that live within it) The Quick Launch bar (or the Superbar in Windows 7) The “Favorite folders” area in the top-left corner of the Windows Explorer window (in Windows Vista or Windows 7) Your Internet Explorer Favorites or Firefox Bookmarks Each item in each of these areas is a shortcut!  Each of those areas exist for one purpose only:  For convenience – to provide you with a collection of the files and folders you access most often. It should be easy to see by now that shortcuts are designed for one single purpose:  To make accessing your files more convenient.  Each time you double-click on a shortcut, you are saved the hassle of locating the file (or folder, or program, or drive, or control panel icon) that it represents. Shortcuts allow us to invent a golden rule of file and folder organization: “Only ever have one copy of a file – never have two copies of the same file.  Use a shortcut instead” (this rule doesn’t apply to copies created for backup purposes, of course!) There are also lesser rules, like “don’t move a file into your work area – create a shortcut there instead”, and “any time you find yourself frustrated with how long it takes to locate a file, create a shortcut to it and place that shortcut in a convenient location.” So how to we create these massively useful shortcuts?  There are two main ways: “Copy” the original file or folder (click on it and type Ctrl-C, or right-click on it and select Copy):  Then right-click in an empty area of the destination folder (the place where you want the shortcut to go) and select Paste shortcut: Right-drag (drag with the right mouse button) the file from the source folder to the destination folder.  When you let go of the mouse button at the destination folder, a menu pops up: Select Create shortcuts here. Note that when shortcuts are created, they are often named something like Shortcut to Budget Detail.doc (windows XP) or Budget Detail – Shortcut.doc (Windows 7).   If you don’t like those extra words, you can easily rename the shortcuts after they’re created, or you can configure Windows to never insert the extra words in the first place (see our article on how to do this). And of course, you can create shortcuts to folders too, not just to files! Bottom line: Whenever you have a file that you’d like to access from somewhere else (whether it’s convenience you’re after, or because the file simply belongs in two places), create a shortcut to the original file in the new location. Tip #10.  Separate Application Files from Data Files Any digital organization guru will drum this rule into you.  Application files are the components of the software you’ve installed (e.g. Microsoft Word, Adobe Photoshop or Internet Explorer).  Data files are the files that you’ve created for yourself using that software (e.g. Word Documents, digital photos, emails or playlists). Software gets installed, uninstalled and upgraded all the time.  Hopefully you always have the original installation media (or downloaded set-up file) kept somewhere safe, and can thus reinstall your software at any time.  This means that the software component files are of little importance.  Whereas the files you have created with that software is, by definition, important.  It’s a good rule to always separate unimportant files from important files. So when your software prompts you to save a file you’ve just created, take a moment and check out where it’s suggesting that you save the file.  If it’s suggesting that you save the file into the same folder as the software itself, then definitely don’t follow that suggestion.  File it in your own folder!  In fact, see if you can find the program’s configuration option that determines where files are saved by default (if it has one), and change it. Tip #11.  Organize Files Based on Purpose, Not on File Type If you have, for example a folder called Work\Clients\Johnson, and within that folder you have two sub-folders, Word Documents and Spreadsheets (in other words, you’re separating “.doc” files from “.xls” files), then chances are that you’re not optimally organized.  It makes little sense to organize your files based on the program that created them.  Instead, create your sub-folders based on the purpose of the file.  For example, it would make more sense to create sub-folders called Correspondence and Financials.  It may well be that all the files in a given sub-folder are of the same file-type, but this should be more of a coincidence and less of a design feature of your organization system. Tip #12.  Maintain the Same Folder Structure on All Your Computers In other words, whatever organizational system you create, apply it to every computer that you can.  There are several benefits to this: There’s less to remember.  No matter where you are, you always know where to look for your files If you copy or synchronize files from one computer to another, then setting up the synchronization job becomes very simple Shortcuts can be copied or moved from one computer to another with ease (assuming the original files are also copied/moved).  There’s no need to find the target of the shortcut all over again on the second computer Ditto for linked files (e.g Word documents that link to data in a separate Excel file), playlists, and any files that reference the exact file locations of other files. This applies even to the drive that your files are stored on.  If your files are stored on C: on one computer, make sure they’re stored on C: on all your computers.  Otherwise all your shortcuts, playlists and linked files will stop working! Tip #13.  Create an “Inbox” Folder Create yourself a folder where you store all files that you’re currently working on, or that you haven’t gotten around to filing yet.  You can think of this folder as your “to-do” list.  You can call it “Inbox” (making it the same metaphor as your email system), or “Work”, or “To-Do”, or “Scratch”, or whatever name makes sense to you.  It doesn’t matter what you call it – just make sure you have one! Once you have finished working on a file, you then move it from the “Inbox” to its correct location within your organizational structure. You may want to use your Desktop as this “Inbox” folder.  Rightly or wrongly, most people do.  It’s not a bad place to put such files, but be careful:  If you do decide that your Desktop represents your “to-do” list, then make sure that no other files find their way there.  In other words, make sure that your “Inbox”, wherever it is, Desktop or otherwise, is kept free of junk – stray files that don’t belong there. So where should you put this folder, which, almost by definition, lives outside the structure of the rest of your filing system?  Well, first and foremost, it has to be somewhere handy.  This will be one of your most-visited folders, so convenience is key.  Putting it on the Desktop is a great option – especially if you don’t have any other folders on your Desktop:  the folder then becomes supremely easy to find in Windows Explorer: You would then create shortcuts to this folder in convenient spots all over your computer (“Favorite Links”, “Quick Launch”, etc). Tip #14.  Ensure You have Only One “Inbox” Folder Once you’ve created your “Inbox” folder, don’t use any other folder location as your “to-do list”.  Throw every incoming or created file into the Inbox folder as you create/receive it.  This keeps the rest of your computer pristine and free of randomly created or downloaded junk.  The last thing you want to be doing is checking multiple folders to see all your current tasks and projects.  Gather them all together into one folder. Here are some tips to help ensure you only have one Inbox: Set the default “save” location of all your programs to this folder. Set the default “download” location for your browser to this folder. If this folder is not your desktop (recommended) then also see if you can make a point of not putting “to-do” files on your desktop.  This keeps your desktop uncluttered and Zen-like: (the Inbox folder is in the bottom-right corner) Tip #15.  Be Vigilant about Clearing Your “Inbox” Folder This is one of the keys to staying organized.  If you let your “Inbox” overflow (i.e. allow there to be more than, say, 30 files or folders in there), then you’re probably going to start feeling like you’re overwhelmed:  You’re not keeping up with your to-do list.  Once your Inbox gets beyond a certain point (around 30 files, studies have shown), then you’ll simply start to avoid it.  You may continue to put files in there, but you’ll be scared to look at it, fearing the “out of control” feeling that all overworked, chaotic or just plain disorganized people regularly feel. So, here’s what you can do: Visit your Inbox/to-do folder regularly (at least five times per day). Scan the folder regularly for files that you have completed working on and are ready for filing.  File them immediately. Make it a source of pride to keep the number of files in this folder as small as possible.  If you value peace of mind, then make the emptiness of this folder one of your highest (computer) priorities If you know that a particular file has been in the folder for more than, say, six weeks, then admit that you’re not actually going to get around to processing it, and move it to its final resting place. Tip #16.  File Everything Immediately, and Use Shortcuts for Your Active Projects As soon as you create, receive or download a new file, store it away in its “correct” folder immediately.  Then, whenever you need to work on it (possibly straight away), create a shortcut to it in your “Inbox” (“to-do”) folder or your desktop.  That way, all your files are always in their “correct” locations, yet you still have immediate, convenient access to your current, active files.  When you finish working on a file, simply delete the shortcut. Ideally, your “Inbox” folder – and your Desktop – should contain no actual files or folders.  They should simply contain shortcuts. Tip #17.  Use Directory Symbolic Links (or Junctions) to Maintain One Unified Folder Structure Using this tip, we can get around a potential hiccup that we can run into when creating our organizational structure – the issue of having more than one drive on our computer (C:, D:, etc).  We might have files we need to store on the D: drive for space reasons, and yet want to base our organized folder structure on the C: drive (or vice-versa). Your chosen organizational structure may dictate that all your files must be accessed from the C: drive (for example, the root folder of all your files may be something like C:\Files).  And yet you may still have a D: drive and wish to take advantage of the hundreds of spare Gigabytes that it offers.  Did you know that it’s actually possible to store your files on the D: drive and yet access them as if they were on the C: drive?  And no, we’re not talking about shortcuts here (although the concept is very similar). By using the shell command mklink, you can essentially take a folder that lives on one drive and create an alias for it on a different drive (you can do lots more than that with mklink – for a full rundown on this programs capabilities, see our dedicated article).  These aliases are called directory symbolic links (and used to be known as junctions).  You can think of them as “virtual” folders.  They function exactly like regular folders, except they’re physically located somewhere else. For example, you may decide that your entire D: drive contains your complete organizational file structure, but that you need to reference all those files as if they were on the C: drive, under C:\Files.  If that was the case you could create C:\Files as a directory symbolic link – a link to D:, as follows: mklink /d c:\files d:\ Or it may be that the only files you wish to store on the D: drive are your movie collection.  You could locate all your movie files in the root of your D: drive, and then link it to C:\Files\Media\Movies, as follows: mklink /d c:\files\media\movies d:\ (Needless to say, you must run these commands from a command prompt – click the Start button, type cmd and press Enter) Tip #18. Customize Your Folder Icons This is not strictly speaking an organizational tip, but having unique icons for each folder does allow you to more quickly visually identify which folder is which, and thus saves you time when you’re finding files.  An example is below (from my folder that contains all files downloaded from the Internet): To learn how to change your folder icons, please refer to our dedicated article on the subject. Tip #19.  Tidy Your Start Menu The Windows Start Menu is usually one of the messiest parts of any Windows computer.  Every program you install seems to adopt a completely different approach to placing icons in this menu.  Some simply put a single program icon.  Others create a folder based on the name of the software.  And others create a folder based on the name of the software manufacturer.  It’s chaos, and can make it hard to find the software you want to run. Thankfully we can avoid this chaos with useful operating system features like Quick Launch, the Superbar or pinned start menu items. Even so, it would make a lot of sense to get into the guts of the Start Menu itself and give it a good once-over.  All you really need to decide is how you’re going to organize your applications.  A structure based on the purpose of the application is an obvious candidate.  Below is an example of one such structure: In this structure, Utilities means software whose job it is to keep the computer itself running smoothly (configuration tools, backup software, Zip programs, etc).  Applications refers to any productivity software that doesn’t fit under the headings Multimedia, Graphics, Internet, etc. In case you’re not aware, every icon in your Start Menu is a shortcut and can be manipulated like any other shortcut (copied, moved, deleted, etc). With the Windows Start Menu (all version of Windows), Microsoft has decided that there be two parallel folder structures to store your Start Menu shortcuts.  One for you (the logged-in user of the computer) and one for all users of the computer.  Having two parallel structures can often be redundant:  If you are the only user of the computer, then having two parallel structures is totally redundant.  Even if you have several users that regularly log into the computer, most of your installed software will need to be made available to all users, and should thus be moved out of the “just you” version of the Start Menu and into the “all users” area. To take control of your Start Menu, so you can start organizing it, you’ll need to know how to access the actual folders and shortcut files that make up the Start Menu (both versions of it).  To find these folders and files, click the Start button and then right-click on the All Programs text (Windows XP users should right-click on the Start button itself): The Open option refers to the “just you” version of the Start Menu, while the Open All Users option refers to the “all users” version.  Click on the one you want to organize. A Windows Explorer window then opens with your chosen version of the Start Menu selected.  From there it’s easy.  Double-click on the Programs folder and you’ll see all your folders and shortcuts.  Now you can delete/rename/move until it’s just the way you want it. Note:  When you’re reorganizing your Start Menu, you may want to have two Explorer windows open at the same time – one showing the “just you” version and one showing the “all users” version.  You can drag-and-drop between the windows. Tip #20.  Keep Your Start Menu Tidy Once you have a perfectly organized Start Menu, try to be a little vigilant about keeping it that way.  Every time you install a new piece of software, the icons that get created will almost certainly violate your organizational structure. So to keep your Start Menu pristine and organized, make sure you do the following whenever you install a new piece of software: Check whether the software was installed into the “just you” area of the Start Menu, or the “all users” area, and then move it to the correct area. Remove all the unnecessary icons (like the “Read me” icon, the “Help” icon (you can always open the help from within the software itself when it’s running), the “Uninstall” icon, the link(s)to the manufacturer’s website, etc) Rename the main icon(s) of the software to something brief that makes sense to you.  For example, you might like to rename Microsoft Office Word 2010 to simply Word Move the icon(s) into the correct folder based on your Start Menu organizational structure And don’t forget:  when you uninstall a piece of software, the software’s uninstall routine is no longer going to be able to remove the software’s icon from the Start Menu (because you moved and/or renamed it), so you’ll need to remove that icon manually. Tip #21.  Tidy C:\ The root of your C: drive (C:\) is a common dumping ground for files and folders – both by the users of your computer and by the software that you install on your computer.  It can become a mess. There’s almost no software these days that requires itself to be installed in C:\.  99% of the time it can and should be installed into C:\Program Files.  And as for your own files, well, it’s clear that they can (and almost always should) be stored somewhere else. In an ideal world, your C:\ folder should look like this (on Windows 7): Note that there are some system files and folders in C:\ that are usually and deliberately “hidden” (such as the Windows virtual memory file pagefile.sys, the boot loader file bootmgr, and the System Volume Information folder).  Hiding these files and folders is a good idea, as they need to stay where they are and are almost never needed to be opened or even seen by you, the user.  Hiding them prevents you from accidentally messing with them, and enhances your sense of order and well-being when you look at your C: drive folder. Tip #22.  Tidy Your Desktop The Desktop is probably the most abused part of a Windows computer (from an organization point of view).  It usually serves as a dumping ground for all incoming files, as well as holding icons to oft-used applications, plus some regularly opened files and folders.  It often ends up becoming an uncontrolled mess.  See if you can avoid this.  Here’s why… Application icons (Word, Internet Explorer, etc) are often found on the Desktop, but it’s unlikely that this is the optimum place for them.  The “Quick Launch” bar (or the Superbar in Windows 7) is always visible and so represents a perfect location to put your icons.  You’ll only be able to see the icons on your Desktop when all your programs are minimized.  It might be time to get your application icons off your desktop… You may have decided that the Inbox/To-do folder on your computer (see tip #13, above) should be your Desktop.  If so, then enough said.  Simply be vigilant about clearing it and preventing it from being polluted by junk files (see tip #15, above).  On the other hand, if your Desktop is not acting as your “Inbox” folder, then there’s no reason for it to have any data files or folders on it at all, except perhaps a couple of shortcuts to often-opened files and folders (either ongoing or current projects).  Everything else should be moved to your “Inbox” folder. In an ideal world, it might look like this: Tip #23.  Move Permanent Items on Your Desktop Away from the Top-Left Corner When files/folders are dragged onto your desktop in a Windows Explorer window, or when shortcuts are created on your Desktop from Internet Explorer, those icons are always placed in the top-left corner – or as close as they can get.  If you have other files, folders or shortcuts that you keep on the Desktop permanently, then it’s a good idea to separate these permanent icons from the transient ones, so that you can quickly identify which ones the transients are.  An easy way to do this is to move all your permanent icons to the right-hand side of your Desktop.  That should keep them separated from incoming items. Tip #24.  Synchronize If you have more than one computer, you’ll almost certainly want to share files between them.  If the computers are permanently attached to the same local network, then there’s no need to store multiple copies of any one file or folder – shortcuts will suffice.  However, if the computers are not always on the same network, then you will at some point need to copy files between them.  For files that need to permanently live on both computers, the ideal way to do this is to synchronize the files, as opposed to simply copying them. We only have room here to write a brief summary of synchronization, not a full article.  In short, there are several different types of synchronization: Where the contents of one folder are accessible anywhere, such as with Dropbox Where the contents of any number of folders are accessible anywhere, such as with Windows Live Mesh Where any files or folders from anywhere on your computer are synchronized with exactly one other computer, such as with the Windows “Briefcase”, Microsoft SyncToy, or (much more powerful, yet still free) SyncBack from 2BrightSparks.  This only works when both computers are on the same local network, at least temporarily. A great advantage of synchronization solutions is that once you’ve got it configured the way you want it, then the sync process happens automatically, every time.  Click a button (or schedule it to happen automatically) and all your files are automagically put where they’re supposed to be. If you maintain the same file and folder structure on both computers, then you can also sync files depend upon the correct location of other files, like shortcuts, playlists and office documents that link to other office documents, and the synchronized files still work on the other computer! Tip #25.  Hide Files You Never Need to See If you have your files well organized, you will often be able to tell if a file is out of place just by glancing at the contents of a folder (for example, it should be pretty obvious if you look in a folder that contains all the MP3s from one music CD and see a Word document in there).  This is a good thing – it allows you to determine if there are files out of place with a quick glance.  Yet sometimes there are files in a folder that seem out of place but actually need to be there, such as the “folder art” JPEGs in music folders, and various files in the root of the C: drive.  If such files never need to be opened by you, then a good idea is to simply hide them.  Then, the next time you glance at the folder, you won’t have to remember whether that file was supposed to be there or not, because you won’t see it at all! To hide a file, simply right-click on it and choose Properties: Then simply tick the Hidden tick-box:   Tip #26.  Keep Every Setup File These days most software is downloaded from the Internet.  Whenever you download a piece of software, keep it.  You’ll never know when you need to reinstall the software. Further, keep with it an Internet shortcut that links back to the website where you originally downloaded it, in case you ever need to check for updates. See tip #33 below for a full description of the excellence of organizing your setup files. Tip #27.  Try to Minimize the Number of Folders that Contain Both Files and Sub-folders Some of the folders in your organizational structure will contain only files.  Others will contain only sub-folders.  And you will also have some folders that contain both files and sub-folders.  You will notice slight improvements in how long it takes you to locate a file if you try to avoid this third type of folder.  It’s not always possible, of course – you’ll always have some of these folders, but see if you can avoid it. One way of doing this is to take all the leftover files that didn’t end up getting stored in a sub-folder and create a special “Miscellaneous” or “Other” folder for them. Tip #28.  Starting a Filename with an Underscore Brings it to the Top of a List Further to the previous tip, if you name that “Miscellaneous” or “Other” folder in such a way that its name begins with an underscore “_”, then it will appear at the top of the list of files/folders. The screenshot below is an example of this.  Each folder in the list contains a set of digital photos.  The folder at the top of the list, _Misc, contains random photos that didn’t deserve their own dedicated folder: Tip #29.  Clean Up those CD-ROMs and (shudder!) Floppy Disks Have you got a pile of CD-ROMs stacked on a shelf of your office?  Old photos, or files you archived off onto CD-ROM (or even worse, floppy disks!) because you didn’t have enough disk space at the time?  In the meantime have you upgraded your computer and now have 500 Gigabytes of space you don’t know what to do with?  If so, isn’t it time you tidied up that stack of disks and filed them into your gorgeous new folder structure? So what are you waiting for?  Bite the bullet, copy them all back onto your computer, file them in their appropriate folders, and then back the whole lot up onto a shiny new 1000Gig external hard drive! Useful Folders to Create This next section suggests some useful folders that you might want to create within your folder structure.  I’ve personally found them to be indispensable. The first three are all about convenience – handy folders to create and then put somewhere that you can always access instantly.  For each one, it’s not so important where the actual folder is located, but it’s very important where you put the shortcut(s) to the folder.  You might want to locate the shortcuts: On your Desktop In your “Quick Launch” area (or pinned to your Windows 7 Superbar) In your Windows Explorer “Favorite Links” area Tip #30.  Create an “Inbox” (“To-Do”) Folder This has already been mentioned in depth (see tip #13), but we wanted to reiterate its importance here.  This folder contains all the recently created, received or downloaded files that you have not yet had a chance to file away properly, and it also may contain files that you have yet to process.  In effect, it becomes a sort of “to-do list”.  It doesn’t have to be called “Inbox” – you can call it whatever you want. Tip #31.  Create a Folder where Your Current Projects are Collected Rather than going hunting for them all the time, or dumping them all on your desktop, create a special folder where you put links (or work folders) for each of the projects you’re currently working on. You can locate this folder in your “Inbox” folder, on your desktop, or anywhere at all – just so long as there’s a way of getting to it quickly, such as putting a link to it in Windows Explorer’s “Favorite Links” area: Tip #32.  Create a Folder for Files and Folders that You Regularly Open You will always have a few files that you open regularly, whether it be a spreadsheet of your current accounts, or a favorite playlist.  These are not necessarily “current projects”, rather they’re simply files that you always find yourself opening.  Typically such files would be located on your desktop (or even better, shortcuts to those files).  Why not collect all such shortcuts together and put them in their own special folder? As with the “Current Projects” folder (above), you would want to locate that folder somewhere convenient.  Below is an example of a folder called “Quick links”, with about seven files (shortcuts) in it, that is accessible through the Windows Quick Launch bar: See tip #37 below for a full explanation of the power of the Quick Launch bar. Tip #33.  Create a “Set-ups” Folder A typical computer has dozens of applications installed on it.  For each piece of software, there are often many different pieces of information you need to keep track of, including: The original installation setup file(s).  This can be anything from a simple 100Kb setup.exe file you downloaded from a website, all the way up to a 4Gig ISO file that you copied from a DVD-ROM that you purchased. The home page of the software manufacturer (in case you need to look up something on their support pages, their forum or their online help) The page containing the download link for your actual file (in case you need to re-download it, or download an upgraded version) The serial number Your proof-of-purchase documentation Any other template files, plug-ins, themes, etc that also need to get installed For each piece of software, it’s a great idea to gather all of these files together and put them in a single folder.  The folder can be the name of the software (plus possibly a very brief description of what it’s for – in case you can’t remember what the software does based in its name).  Then you would gather all of these folders together into one place, and call it something like “Software” or “Setups”. If you have enough of these folders (I have several hundred, being a geek, collected over 20 years), then you may want to further categorize them.  My own categorization structure is based on “platform” (operating system): The last seven folders each represents one platform/operating system, while _Operating Systems contains set-up files for installing the operating systems themselves.  _Hardware contains ROMs for hardware I own, such as routers. Within the Windows folder (above), you can see the beginnings of the vast library of software I’ve compiled over the years: An example of a typical application folder looks like this: Tip #34.  Have a “Settings” Folder We all know that our documents are important.  So are our photos and music files.  We save all of these files into folders, and then locate them afterwards and double-click on them to open them.  But there are many files that are important to us that can’t be saved into folders, and then searched for and double-clicked later on.  These files certainly contain important information that we need, but are often created internally by an application, and saved wherever that application feels is appropriate. A good example of this is the “PST” file that Outlook creates for us and uses to store all our emails, contacts, appointments and so forth.  Another example would be the collection of Bookmarks that Firefox stores on your behalf. And yet another example would be the customized settings and configuration files of our all our software.  Granted, most Windows programs store their configuration in the Registry, but there are still many programs that use configuration files to store their settings. Imagine if you lost all of the above files!  And yet, when people are backing up their computers, they typically only back up the files they know about – those that are stored in the “My Documents” folder, etc.  If they had a hard disk failure or their computer was lost or stolen, their backup files would not include some of the most vital files they owned.  Also, when migrating to a new computer, it’s vital to ensure that these files make the journey. It can be a very useful idea to create yourself a folder to store all your “settings” – files that are important to you but which you never actually search for by name and double-click on to open them.  Otherwise, next time you go to set up a new computer just the way you want it, you’ll need to spend hours recreating the configuration of your previous computer! So how to we get our important files into this folder?  Well, we have a few options: Some programs (such as Outlook and its PST files) allow you to place these files wherever you want.  If you delve into the program’s options, you will find a setting somewhere that controls the location of the important settings files (or “personal storage” – PST – when it comes to Outlook) Some programs do not allow you to change such locations in any easy way, but if you get into the Registry, you can sometimes find a registry key that refers to the location of the file(s).  Simply move the file into your Settings folder and adjust the registry key to refer to the new location. Some programs stubbornly refuse to allow their settings files to be placed anywhere other then where they stipulate.  When faced with programs like these, you have three choices:  (1) You can ignore those files, (2) You can copy the files into your Settings folder (let’s face it – settings don’t change very often), or (3) you can use synchronization software, such as the Windows Briefcase, to make synchronized copies of all your files in your Settings folder.  All you then have to do is to remember to run your sync software periodically (perhaps just before you run your backup software!). There are some other things you may decide to locate inside this new “Settings” folder: Exports of registry keys (from the many applications that store their configurations in the Registry).  This is useful for backup purposes or for migrating to a new computer Notes you’ve made about all the specific customizations you have made to a particular piece of software (so that you’ll know how to do it all again on your next computer) Shortcuts to webpages that detail how to tweak certain aspects of your operating system or applications so they are just the way you like them (such as how to remove the words “Shortcut to” from the beginning of newly created shortcuts).  In other words, you’d want to create shortcuts to half the pages on the How-To Geek website! Here’s an example of a “Settings” folder: Windows Features that Help with Organization This section details some of the features of Microsoft Windows that are a boon to anyone hoping to stay optimally organized. Tip #35.  Use the “Favorite Links” Area to Access Oft-Used Folders Once you’ve created your great new filing system, work out which folders you access most regularly, or which serve as great starting points for locating the rest of the files in your folder structure, and then put links to those folders in your “Favorite Links” area of the left-hand side of the Windows Explorer window (simply called “Favorites” in Windows 7):   Some ideas for folders you might want to add there include: Your “Inbox” folder (or whatever you’ve called it) – most important! The base of your filing structure (e.g. C:\Files) A folder containing shortcuts to often-accessed folders on other computers around the network (shown above as Network Folders) A folder containing shortcuts to your current projects (unless that folder is in your “Inbox” folder) Getting folders into this area is very simple – just locate the folder you’re interested in and drag it there! Tip #36.  Customize the Places Bar in the File/Open and File/Save Boxes Consider the screenshot below: The highlighted icons (collectively known as the “Places Bar”) can be customized to refer to any folder location you want, allowing instant access to any part of your organizational structure. Note:  These File/Open and File/Save boxes have been superseded by new versions that use the Windows Vista/Windows 7 “Favorite Links”, but the older versions (shown above) are still used by a surprisingly large number of applications. The easiest way to customize these icons is to use the Group Policy Editor, but not everyone has access to this program.  If you do, open it up and navigate to: User Configuration > Administrative Templates > Windows Components > Windows Explorer > Common Open File Dialog If you don’t have access to the Group Policy Editor, then you’ll need to get into the Registry.  Navigate to: HKEY_CURRENT_USER \ Software \ Microsoft  \ Windows \ CurrentVersion \ Policies \ comdlg32 \ Placesbar It should then be easy to make the desired changes.  Log off and log on again to allow the changes to take effect. Tip #37.  Use the Quick Launch Bar as a Application and File Launcher That Quick Launch bar (to the right of the Start button) is a lot more useful than people give it credit for.  Most people simply have half a dozen icons in it, and use it to start just those programs.  But it can actually be used to instantly access just about anything in your filing system: For complete instructions on how to set this up, visit our dedicated article on this topic. Tip #38.  Put a Shortcut to Windows Explorer into Your Quick Launch Bar This is only necessary in Windows Vista and Windows XP.  The Microsoft boffins finally got wise and added it to the Windows 7 Superbar by default. Windows Explorer – the program used for managing your files and folders – is one of the most useful programs in Windows.  Anyone who considers themselves serious about being organized needs instant access to this program at any time.  A great place to create a shortcut to this program is in the Windows XP and Windows Vista “Quick Launch” bar: To get it there, locate it in your Start Menu (usually under “Accessories”) and then right-drag it down into your Quick Launch bar (and create a copy). Tip #39.  Customize the Starting Folder for Your Windows 7 Explorer Superbar Icon If you’re on Windows 7, your Superbar will include a Windows Explorer icon.  Clicking on the icon will launch Windows Explorer (of course), and will start you off in your “Libraries” folder.  Libraries may be fine as a starting point, but if you have created yourself an “Inbox” folder, then it would probably make more sense to start off in this folder every time you launch Windows Explorer. To change this default/starting folder location, then first right-click the Explorer icon in the Superbar, and then right-click Properties:Then, in Target field of the Windows Explorer Properties box that appears, type %windir%\explorer.exe followed by the path of the folder you wish to start in.  For example: %windir%\explorer.exe C:\Files If that folder happened to be on the Desktop (and called, say, “Inbox”), then you would use the following cleverness: %windir%\explorer.exe shell:desktop\Inbox Then click OK and test it out. Tip #40.  Ummmmm…. No, that’s it.  I can’t think of another one.  That’s all of the tips I can come up with.  I only created this one because 40 is such a nice round number… Case Study – An Organized PC To finish off the article, I have included a few screenshots of my (main) computer (running Vista).  The aim here is twofold: To give you a sense of what it looks like when the above, sometimes abstract, tips are applied to a real-life computer, and To offer some ideas about folders and structure that you may want to steal to use on your own PC. Let’s start with the C: drive itself.  Very minimal.  All my files are contained within C:\Files.  I’ll confine the rest of the case study to this folder: That folder contains the following: Mark: My personal files VC: My business (Virtual Creations, Australia) Others contains files created by friends and family Data contains files from the rest of the world (can be thought of as “public” files, usually downloaded from the Net) Settings is described above in tip #34 The Data folder contains the following sub-folders: Audio:  Radio plays, audio books, podcasts, etc Development:  Programmer and developer resources, sample source code, etc (see below) Humour:  Jokes, funnies (those emails that we all receive) Movies:  Downloaded and ripped movies (all legal, of course!), their scripts, DVD covers, etc. Music:  (see below) Setups:  Installation files for software (explained in full in tip #33) System:  (see below) TV:  Downloaded TV shows Writings:  Books, instruction manuals, etc (see below) The Music folder contains the following sub-folders: Album covers:  JPEG scans Guitar tabs:  Text files of guitar sheet music Lists:  e.g. “Top 1000 songs of all time” Lyrics:  Text files MIDI:  Electronic music files MP3 (representing 99% of the Music folder):  MP3s, either ripped from CDs or downloaded, sorted by artist/album name Music Video:  Video clips Sheet Music:  usually PDFs The Data\Writings folder contains the following sub-folders: (all pretty self-explanatory) The Data\Development folder contains the following sub-folders: Again, all pretty self-explanatory (if you’re a geek) The Data\System folder contains the following sub-folders: These are usually themes, plug-ins and other downloadable program-specific resources. The Mark folder contains the following sub-folders: From Others:  Usually letters that other people (friends, family, etc) have written to me For Others:  Letters and other things I have created for other people Green Book:  None of your business Playlists:  M3U files that I have compiled of my favorite songs (plus one M3U playlist file for every album I own) Writing:  Fiction, philosophy and other musings of mine Mark Docs:  Shortcut to C:\Users\Mark Settings:  Shortcut to C:\Files\Settings\Mark The Others folder contains the following sub-folders: The VC (Virtual Creations, my business – I develop websites) folder contains the following sub-folders: And again, all of those are pretty self-explanatory.   • SQLAuthority News – TechEd India – April 12-14, 2010 Bangalore – An Unforgettable Experience – An Op

    TechEd India was one of the largest Technology events in India led by Microsoft. This event was attended by more than 3,000 technology enthusiasts, making it one of the most well-organized events of the year. Though I attempted to attend almost all the technology events here, I have not seen any bigger or better event in Indian subcontinents other than this. There are 21 Technical Tracks at Tech·Ed India 2010 that span more than 745 learning opportunities. I was fortunate enough to be a part of this whole event as a speaker and a delegate, as well. TechEd India Speaker Badge and A Token of Lifetime Hotel Selection I presented three different sessions at TechEd India and was also a part of panel discussion. (The details of the sessions are given at the end of this blog post.) Due to extensive traveling, I stay away from my family occasionally. For this reason, I took my wife – Nupur and daughter Shaivi (8 months old) to the event along with me. We stayed at the same hotel where the event was organized so as to maximize my time bonding with my family and to have more time in networking with technology community, at the same time. The hotel Lalit Ashok is the largest and most luxurious venue one can find in Bangalore, located in the middle of the city. The cost of the hotel was a bit pricey, but looking at all the advantages, I had decided to ask for a booking there. Hotel Lalit Ashok Nupur Dave and Shaivi Dave Arrival Day – DAY 0 – April 11, 2010 I reached the event a day earlier, and that was one wise decision for I was able to relax a bit and go over my presentation for the next day’s course. I am a kind of person who likes to get everything ready ahead of time. I was also able to enjoy a pleasant evening with several Microsoft employees and my family friends. I even checked out the location where I would be doing presentations the next day. I was fortunate enough to meet Bijoy Singhal from Microsoft who helped me out with a few of the logistics issues that occured the day before. I was not aware of the fact that the very next day he was going to be “The Man” of the TechEd 2010 event. Vinod Kumar from Microsoft was really very kind as he talked to me regarding my subsequent session. He gave me some suggestions which were really helpful that I was able to incorporate them during my presentation. Finally, I was able to meet Abhishek Kant from Microsoft; his valuable suggestions and unlimited passion have inspired many people like me to work with the Community. Pradipta from Microsoft was also around, being extremely busy with logistics; however, in those busy times, he did find some good spare time to have a chat with me and the other Community leaders. I also met Harish Ranganathan and Sachin Rathi, both from Microsoft. It was so interesting to listen to both of them talking about SharePoint. I just have no words to express my overwhelmed spirit because of all these passionate young guys - Pradipta,Vinod, Bijoy, Harish, Sachin and Ahishek (of course!). Map of TechEd India 2010 Event Day 1 – April 12, 2010 From morning until night time, today was truly a very busy day for me. I had two presentations and one panel discussion for the day. Needless to say, I had a few meetings to attend as well. The day started with a keynote from S. Somaseger where he announced the launch of Visual Studio 2010. The keynote area was really eye-catching because of the very large, bigger-than- life uniform screen. This was truly one to show. The title music of the keynote was very interesting and it featured Bijoy Singhal as the model. It was interesting to talk to him afterwards, when we laughed at jokes together about his modeling assignment. TechEd India Keynote Opening Featuring Bijoy TechEd India 2010 Keynote – S. Somasegar Time: 11:15pm – 11:45pm Session 1: True Lies of SQL Server – SQL Myth Buster Following the excellent keynote, I had my very first session on the subject of SQL Server Myth Buster. At first, I was a bit nervous as right after the keynote, for this was my very first session and during my presentation I saw lots of Microsoft Product Team members. Well, it really went well and I had a really good discussion with attendees of the session. I felt that a well begin was half-done and my confidence was regained. Right after the session, I met a few of my Community friends and had meaningful discussions with them on many subjects. The abstract of the session is as follows: In this 30-minute demo session, I am going to briefly demonstrate few SQL Server Myths and their resolutions as I back them up with some demo. This demo presentation is a must-attend for all developers and administrators who would come to the event. This is going to be a very quick yet fun session. Pinal Presenting session at TechEd India 2010 Time: 1:00 PM – 2:00 PM Lunch with Somasegar After the session I went to see my daughter, and then I headed right away to the lunch with S. Somasegar – the keynote speaker and senior vice president of the Developer Division at Microsoft. I really thank to Abhishek who made it possible for us. Because of his efforts, all the MVPs had the opportunity to meet such a legendary person and had to talk with them on Microsoft Technology. Though Somasegar is currently holding such a high position in Microsoft, he is very polite and a real gentleman, and how I wish that everybody in industry is like him. Believe me, if you spread love and kindness, then that is what you will receive back. As soon as lunch time was over, I ran to the session hall as my second presentation was about to start. Time: 2:30pm – 3:30pm Session 2: Master Data Services in Microsoft SQL Server 2008 R2 Business Intelligence is a subject which was widely talked about at TechEd. Everybody was interested in this subject, and I did not excuse myself from this great concept as well. I consider myself fortunate as I was presenting on the subject of Master Data Services at TechEd. When I had initially learned this subject, I had a bit of confusion about the usage of this tool. Later on, I decided that I would tackle about how we all developers and DBAs are not able to understand something so simple such as this, and even worst, creating confusion about the technology. During system designing, it is very important to have a reference material or master lookup tables. Well, I talked about the same subject and presented the session keeping that as my center talk. The session went very well and I received lots of interesting questions. I got many compliments for talking about this subject on the real-life scenario. I really thank Rushabh Mehta (CEO, Solid Quality Mentors India) for his supportive suggestions that helped me prepare the slide deck, as well as the subject. Pinal Presenting session at TechEd India 2010 The abstract of the session is as follows: SQL Server Master Data Services will ship with SQL Server 2008 R2 and will improve Microsoft’s platform appeal. This session provides an in-depth demonstration of MDS features and highlights important usage scenarios. Master Data Services enables consistent decision-making process by allowing you to create, manage and propagate changes from a single master view of your business entities. Also, MDS – Master Data-hub which is a vital component, helps ensure the consistency of reporting across systems and deliver faster and more accurate results across the enterprise. We will talk about establishing the basis for a centralized approach to defining, deploying, and managing master data in the enterprise. Pinal Presenting session at TechEd India 2010 The day was still not over for me. I had ran into several friends but we were not able keep our enthusiasm under control about all the rumors saying that SQL Server 2008 R2 was about to be launched tomorrow in the keynote. I then ran to my third and final technical event for the day- a panel discussion with the top technologies of India. Time: 5:00pm – 6:00pm Panel Discussion: Harness the power of Web – SEO and Technical Blogging As I have delivered two technical sessions by this time, I was a bit tired but  not less enthusiastic when I had to talk about Blog and Technology. We discussed many different topics there. I told them that the most important aspect for any blog is its content. We discussed in depth the issues with plagiarism and how to avoid it. Another topic of discussion was how we technology bloggers can create awareness in the Community about what the right kind of blogging is and what morally and technically wrong acts are. A couple of questions were raised about what type of liberty a person can have in terms of writing blogs. Well, it was generically agreed that a blog is mainly a representation of our ideas and thoughts; it should not be governed by external entities. As long as one is writing what they really want to say, but not providing incorrect information or not practicing plagiarism, a blogger should be allowed to express himself. This panel discussion was supposed to be over in an hour, but the interest of the participants was remarkable and so it was extended for 30 minutes more. Finally, we decided to bring to a close the discussion and agreed that we will continue the topic next year. TechEd India Panel Discussion on Web, Technology and SEO Surprisingly, the day was just beginning after doing all of these. By this time, I have almost met all the MVP who arrived at the event, as well as many Microsoft employees. There were lots of Community folks present, too. I decided that I would go to meet several friends from the Community and continue to communicate with me on SQLAuthority.com. I also met Abhishek Baxi and had a good talk with him regarding Win Mobile and Twitter. He also took a very quick video of me wherein I spoke in my mother’s tongue, Gujarati. It was funny that I talked in Gujarati almost all the day, but when I was talking in the interview I could not find the right Gujarati words to speak. I think we all think in English when we think about Technology, so as to address universality. After meeting them, I headed towards the Speakers’ Dinner. Time: 8:00 PM – onwards Speakers Dinner The Speakers’ dinner was indeed a wonderful opportunity for all the speakers to get together and relax. We talked so many different things, from XBOX to Hindi Movies, and from SQL to Samosas. I just could not express how much fun I had. After a long evening, when I returned tmy room and met Shaivi, I just felt instantly relaxed. Kids are really gifts from God. Today was a really long but exciting day. So many things happened in just one day: Visual Studio Lanch, lunch with Somasegar, 2 technical sessions, 1 panel discussion, community leaders meeting, speakers dinner and, last but not leas,t playing with my child! A perfect day! Day 2 – April 13, 2010 Today started with a bang with the excellent keynote by Kamal Hathi who launched SQL Server 2008 R2 in India and demonstrated the power of PowerPivot to all of us. 101 Million Rows in Excel brought lots of applause from the audience. Kamal Hathi Presenting Keynote at TechEd India 2010 The day was a bit easier one for me. I had no sessions today and no events planned. I had a few meetings planned for the second day of the event. I sat in the speaker’s lounge for half a day and met many people there. I attended nearly 9 different meetings today. The subjects of the meetings were very different. Here is a list of the topics of the Community-related meetings: SQL PASS and its involvement in India and subcontinents How to start community blogging Forums and developing aptitude towards technology Ahmedabad/Gandhinagar User Groups and their developments SharePoint and SQL Business Meeting – a client meeting Business Meeting – a potential performance tuning project Business Meeting – Solid Quality Mentors (SolidQ) And family friends Pinal Dave at TechEd India The day passed by so quickly during this meeting. In the evening, I headed to Partners Expo with friends and checked out few of the booths. I really wanted to talk about some of the products, but due to the freebies there was so much crowd that I finally decided to just take the contact details of the partner. I will now start sending them with my queries and, hopefully, I will have my questions answered. Nupur and Shaivi had also one meeting to attend; it was with our family friend Vijay Raj. Vijay is also a person who loves Technology and loves it more than anybody. I see him growing and learning every day, but still remaining as a ‘human’. I believe that if someone acquires as much knowledge as him, that person will become either a computer or cyborg. Here, Vijay is still a kind gentleman and is able to stay as our close family friend. Shaivi was really happy to play with Uncle Vijay. Pinal Dave and Vijay Raj Renuka Prasad, a Microsoft MVP, impressed me with his passion and knowledge of SQL. Every time he gives me credit for his success, I believe that he is very humble. He has way more certifications than me and has worked many more years with SQL compared to me. He is an excellent photographer as well. Most of the photos in this blog post have been taken by him. I told him if ever he wants to do a part time job, he can do the photography very well. Pinal Dave and Renuka Prasad I also met L Srividya from Microsoft, whom I was looking forward to meet. She is a bundle of knowledge that everyone would surely learn a lot from her. I was able to get a few minutes from her and well, I felt confident. She enlightened me with SQL Server BI concepts, domain management and SQL Server security and few other interesting details. I also had a wonderful time talking about SharePoint with fellow Solid Quality Mentor Joy Rathnayake. He is very passionate about SharePoint but when you talk .NET and SQL with him, he is still overwhelmingly knowledgeable. In fact, while talking to him, I figured out that the recent training he delivered was on SQL Server 2008 R2. I told him a joke that it hurts my ego as he is more popular now in SQL training and consulting than me. I am sure all of you agree that working with good people is a gift from God. I am fortunate enough to work with the best of the best Industry experts. It was a great pleasure to hang out with my Community friends – Ahswin Kini, HimaBindu Vejella, Vasudev G, Suprotim Agrawal, Dhananjay, Vikram Pendse, Mahesh Dhola, Mahesh Mitkari,  Manu Zacharia, Shobhan, Hardik Shah, Ashish Mohta, Manan, Subodh Sohani and Sanjay Shetty (of course!) .  (Please let me know if I have met you at the event and forgot your name to list here). Time: 8:00 PM – onwards Community Leaders Dinner After lots of meetings, I headed towards the Community Leaders dinner meeting and met almost all the folks I met in morning. The discussion was almost the same but the real good thing was that we were enjoying it. The food was really good. Nupur was invited in the event, but Shaivi could not come. When Nupur tried to enter the event, she was stopped as Shaivi did not have the pass to enter the dinner. Nupur expressed that Shaivi is only 8 months old and does not eat outside food as well and could not stay by herself at this age, but the door keeper did not agree and asked that without the entry details Shaivi could not go in, but Nupur could. Nupur called me on phone and asked me to help her out. By the time, I was outside; the organizer of the event reached to the door and happily approved Shaivi to join the party. Once in the party, Shaivi had lots of fun meeting so many people. Shaivi Dave and Abhishek Kant Dean Guida (Infragistics President and CEO) and Pinal Dave (SQLAuthority.com) Day 3 – April 14, 2010 Though, it was last day, I was very much excited today as I was about to present my very favorite session. Query Optimization and Performance Tuning is my domain expertise and I make my leaving by consulting and training the same. Today’s session was on the same subject and as an additional twist, another subject about Spatial Database was presented. I was always intrigued with Spatial Database and I have enjoyed learning about it; however, I have never thought about Spatial Indexing before it was decided that I will do this session. I really thank Solid Quality Mentor Dr. Greg Low for his assistance in helping me prepare the slide deck and also review the content. Furthermore, today was really what I call my ‘learning day’ . So far I had not attended any session in TechEd and I felt a bit down for that. Everybody spends their valuable time & money to learn something new and exciting in TechEd and I had not attended a single session at the moment thinking that it was already last day of the event. I did have a plan for the day and I attended two technical sessions before my session of spatial database. I attended 2 sessions of Vinod Kumar. Vinod is a natural storyteller and there was no doubt that his sessions would be jam-packed. People attended his sessions simply because Vinod is syhe speaker. He did not have a single time disappointed audience; he is truly a good speaker. He knows his stuff very well. I personally do not think that in India he can be compared to anyone for SQL. Time: 12:30pm-1:30pm SQL Server Query Optimization, Execution and Debugging Query Performance I really had a fun time attending this session. Vinod made this session very interactive. The entire audience really got into the presentation and started participating in the event. Vinod was presenting a small problem with Query Tuning, which any developer would have encountered and solved with their help in such a fashion that a developer feels he or she have already resolved it. In one question, I was the only one who was ready to answer and Vinod told me in a light tone that I am now allowed to answer it! The audience really found it very amusing. There was a huge crowd around Vinod after the session. Vinod – A master storyteller! Time: 3:45pm-4:45pm Data Recovery / consistency with CheckDB This session was much heavier than the earlier one, and I must say this is my most favorite session I EVER attended in India. In this TechEd I have only attended two sessions, but in my career, I have attended numerous technical sessions not only in India, but all over the world. This session had taken my breath away. One by one, Vinod took the different databases, and started to corrupt them in different ways. Each database has some unique ways to get corrupted. Once that was done, Vinod started to show the DBCC CEHCKDB and demonstrated how it can solve your problem. He finally fixed all the databases with this single tool. I do have a good knowledge of this subject, but let me honestly admit that I have learned a lot from this session. I enjoyed and cheered during this session along with other attendees. I had total satisfaction that, just like everyone, I took advantage of the event and learned something. I am now TECHnically EDucated. Pinal Dave and Vinod Kumar After two very interactive and informative SQL Sessions from Vinod Kumar, the next turn me presenting on Spatial Database and Indexing. I got once again nervous but Vinod told me to stay natural and do my presentation. Well, once I got a huge stage with a total of four projectors and a large crowd, I felt better. Time: 5:00pm-6:00pm Session 3: Developing with SQL Server Spatial and Deep Dive into Spatial Indexing Pinal Presenting session at TechEd India 2010 Pinal Presenting session at TechEd India 2010 I kicked off this session with Michael J Swart‘s beautiful spatial image. This session was the last one for the day but, to my surprise, I had more than 200+ attendees. Slowly, the rain was starting outside and I was worried that the hall would not be full; despite this, there was not a single seat available in the first five minutes of the session. Thanks to all of you for attending my presentation. I had demonstrated the map of world (and India) and quickly explained what  Geographic and Geometry data types in Spatial Database are. This session had interesting story of Indexing and Comparison, as well as how different traditional indexes are from spatial indexing. Pinal Presenting session at TechEd India 2010 Due to the heavy rain during this event, the power went off for about 22 minutes (just an accident – nobodies fault). During these minutes, there were no audio, no video and no light. I continued to address the mass of 200+ people without any audio device and PowerPoint. I must thank the audience because not a single person left from the session. They all stayed in their place, some moved closure to listen to me properly. I noticed that the curiosity and eagerness to learn new things was at the peak even though it was the very last session of the TechEd. Everybody wanted get the maximum knowledge out of this whole event. I was touched by the support from audience. They listened and participated in my session even without any kinds of technology (no ppt, no mike, no AC, nothing). During these 22 minutes, I had completed my theory verbally. Pinal Presenting session at TechEd India 2010 After a while, we got the projector back online and we continued with some exciting demos. Many thanks to Microsoft people who worked energetically in background to get the backup power for project up. I had a very interesting demo wherein I overlaid Bangalore and Hyderabad on the India Map and find their aerial distance between them. After finding the aerial distance, we browsed online and found that SQL Server estimates the exact aerial distance between these two cities, as compared to the factual distance. There was a huge applause from the crowd on the subject that SQL Server takes into the count of the curvature of the earth and finds the precise distances based on details. During the process of finding the distance, I demonstrated a few examples of the indexes where I expressed how one can use those indexes to find these distances and how they can improve the performance of similar query. I also demonstrated few examples wherein we were able to see in which data type the Index is most useful. We finished the demos with a few more internal stuff. Pinal Presenting session at TechEd India 2010 Despite all issues, I was mostly satisfied with my presentation. I think it was the best session I have ever presented at any conference. There was no help from Technology for a while, but I still got lots of appreciation at the end. When we ended the session, the applause from the audience was so loud that for a moment, the rain was not audible. I was truly moved by the dedication of the Technology enthusiasts. All the MVPs and several Community leaders were present at the dinner. I would like to express my gratitude to Abhishek Kant for organizing this wonderful event for us. It was a blast and really relaxing in all angles. We all stayed there for a long time and talked about our sweet and unforgettable memories of the event. Map of TechEd India 2010 Event Day 1 – April 12, 2010 From morning until night time, today was truly a very busy day for me. I had two presentations and one panel discussion for the day. Needless to say, I had a few meetings to attend as well. The day started with a keynote from S. Somaseger where he announced the launch of Visual Studio 2010. The keynote area was really eye-catching because of the very large, bigger-than- life uniform screen. This was truly one to show. The title music of the keynote was very interesting and it featured Bijoy Singhal as the model. It was interesting to talk to him afterwards, when we laughed at jokes together about his modeling assignment. TechEd India Keynote Opening Featuring Bijoy TechEd India 2010 Keynote – S. Somasegar Time: 11:15pm – 11:45pm Session 1: True Lies of SQL Server – SQL Myth Buster Following the excellent keynote, I had my very first session on the subject of SQL Server Myth Buster. At first, I was a bit nervous as right after the keynote, for this was my very first session and during my presentation I saw lots of Microsoft Product Team members. Well, it really went well and I had a really good discussion with attendees of the session. I felt that a well begin was half-done and my confidence was regained. Right after the session, I met a few of my Community friends and had meaningful discussions with them on many subjects. The abstract of the session is as follows: In this 30-minute demo session, I am going to briefly demonstrate few SQL Server Myths and their resolutions as I back them up with some demo. This demo presentation is a must-attend for all developers and administrators who would come to the event. This is going to be a very quick yet fun session. Pinal Presenting session at TechEd India 2010 Time: 1:00 PM – 2:00 PM Lunch with Somasegar After the session I went to see my daughter, and then I headed right away to the lunch with S. Somasegar – the keynote speaker and senior vice president of the Developer Division at Microsoft. I really thank to Abhishek who made it possible for us. Because of his efforts, all the MVPs had the opportunity to meet such a legendary person and had to talk with them on Microsoft Technology. Though Somasegar is currently holding such a high position in Microsoft, he is very polite and a real gentleman, and how I wish that everybody in industry is like him. Believe me, if you spread love and kindness, then that is what you will receive back. As soon as lunch time was over, I ran to the session hall as my second presentation was about to start. Time: 2:30pm – 3:30pm Session 2: Master Data Services in Microsoft SQL Server 2008 R2 Business Intelligence is a subject which was widely talked about at TechEd. Everybody was interested in this subject, and I did not excuse myself from this great concept as well. I consider myself fortunate as I was presenting on the subject of Master Data Services at TechEd. When I had initially learned this subject, I had a bit of confusion about the usage of this tool. Later on, I decided that I would tackle about how we all developers and DBAs are not able to understand something so simple such as this, and even worst, creating confusion about the technology. During system designing, it is very important to have a reference material or master lookup tables. Well, I talked about the same subject and presented the session keeping that as my center talk. The session went very well and I received lots of interesting questions. I got many compliments for talking about this subject on the real-life scenario. I really thank Rushabh Mehta (CEO, Solid Quality Mentors India) for his supportive suggestions that helped me prepare the slide deck, as well as the subject. Pinal Presenting session at TechEd India 2010 The abstract of the session is as follows: SQL Server Master Data Services will ship with SQL Server 2008 R2 and will improve Microsoft’s platform appeal. This session provides an in-depth demonstration of MDS features and highlights important usage scenarios. Master Data Services enables consistent decision-making process by allowing you to create, manage and propagate changes from a single master view of your business entities. Also, MDS – Master Data-hub which is a vital component, helps ensure the consistency of reporting across systems and deliver faster and more accurate results across the enterprise. We will talk about establishing the basis for a centralized approach to defining, deploying, and managing master data in the enterprise. Pinal Presenting session at TechEd India 2010 The day was still not over for me. I had ran into several friends but we were not able keep our enthusiasm under control about all the rumors saying that SQL Server 2008 R2 was about to be launched tomorrow in the keynote. I then ran to my third and final technical event for the day- a panel discussion with the top technologies of India. Time: 5:00pm – 6:00pm Panel Discussion: Harness the power of Web – SEO and Technical Blogging As I have delivered two technical sessions by this time, I was a bit tired but  not less enthusiastic when I had to talk about Blog and Technology. We discussed many different topics there. I told them that the most important aspect for any blog is its content. We discussed in depth the issues with plagiarism and how to avoid it. Another topic of discussion was how we technology bloggers can create awareness in the Community about what the right kind of blogging is and what morally and technically wrong acts are. A couple of questions were raised about what type of liberty a person can have in terms of writing blogs. Well, it was generically agreed that a blog is mainly a representation of our ideas and thoughts; it should not be governed by external entities. As long as one is writing what they really want to say, but not providing incorrect information or not practicing plagiarism, a blogger should be allowed to express himself. This panel discussion was supposed to be over in an hour, but the interest of the participants was remarkable and so it was extended for 30 minutes more. Finally, we decided to bring to a close the discussion and agreed that we will continue the topic next year. TechEd India Panel Discussion on Web, Technology and SEO Surprisingly, the day was just beginning after doing all of these. By this time, I have almost met all the MVP who arrived at the event, as well as many Microsoft employees. There were lots of Community folks present, too. I decided that I would go to meet several friends from the Community and continue to communicate with me on SQLAuthority.com. I also met Abhishek Baxi and had a good talk with him regarding Win Mobile and Twitter. He also took a very quick video of me wherein I spoke in my mother’s tongue, Gujarati. It was funny that I talked in Gujarati almost all the day, but when I was talking in the interview I could not find the right Gujarati words to speak. I think we all think in English when we think about Technology, so as to address universality. After meeting them, I headed towards the Speakers’ Dinner. Time: 8:00 PM – onwards Speakers Dinner The Speakers’ dinner was indeed a wonderful opportunity for all the speakers to get together and relax. We talked so many different things, from XBOX to Hindi Movies, and from SQL to Samosas. I just could not express how much fun I had. After a long evening, when I returned tmy room and met Shaivi, I just felt instantly relaxed. Kids are really gifts from God. Today was a really long but exciting day. So many things happened in just one day: Visual Studio Lanch, lunch with Somasegar, 2 technical sessions, 1 panel discussion, community leaders meeting, speakers dinner and, last but not leas,t playing with my child! A perfect day! Day 2 – April 13, 2010 Today started with a bang with the excellent keynote by Kamal Hathi who launched SQL Server 2008 R2 in India and demonstrated the power of PowerPivot to all of us. 101 Million Rows in Excel brought lots of applause from the audience. Kamal Hathi Presenting Keynote at TechEd India 2010 The day was a bit easier one for me. I had no sessions today and no events planned. I had a few meetings planned for the second day of the event. I sat in the speaker’s lounge for half a day and met many people there. I attended nearly 9 different meetings today. The subjects of the meetings were very different. Here is a list of the topics of the Community-related meetings: SQL PASS and its involvement in India and subcontinents How to start community blogging Forums and developing aptitude towards technology Ahmedabad/Gandhinagar User Groups and their developments SharePoint and SQL Business Meeting – a client meeting Business Meeting – a potential performance tuning project Business Meeting – Solid Quality Mentors (SolidQ) And family friends Pinal Dave at TechEd India The day passed by so quickly during this meeting. In the evening, I headed to Partners Expo with friends and checked out few of the booths. I really wanted to talk about some of the products, but due to the freebies there was so much crowd that I finally decided to just take the contact details of the partner. I will now start sending them with my queries and, hopefully, I will have my questions answered. Nupur and Shaivi had also one meeting to attend; it was with our family friend Vijay Raj. Vijay is also a person who loves Technology and loves it more than anybody. I see him growing and learning every day, but still remaining as a ‘human’. I believe that if someone acquires as much knowledge as him, that person will become either a computer or cyborg. Here, Vijay is still a kind gentleman and is able to stay as our close family friend. Shaivi was really happy to play with Uncle Vijay. Pinal Dave and Vijay Raj Renuka Prasad, a Microsoft MVP, impressed me with his passion and knowledge of SQL. Every time he gives me credit for his success, I believe that he is very humble. He has way more certifications than me and has worked many more years with SQL compared to me. He is an excellent photographer as well. Most of the photos in this blog post have been taken by him. I told him if ever he wants to do a part time job, he can do the photography very well. Pinal Dave and Renuka Prasad I also met L Srividya from Microsoft, whom I was looking forward to meet. She is a bundle of knowledge that everyone would surely learn a lot from her. I was able to get a few minutes from her and well, I felt confident. She enlightened me with SQL Server BI concepts, domain management and SQL Server security and few other interesting details. I also had a wonderful time talking about SharePoint with fellow Solid Quality Mentor Joy Rathnayake. He is very passionate about SharePoint but when you talk .NET and SQL with him, he is still overwhelmingly knowledgeable. In fact, while talking to him, I figured out that the recent training he delivered was on SQL Server 2008 R2. I told him a joke that it hurts my ego as he is more popular now in SQL training and consulting than me. I am sure all of you agree that working with good people is a gift from God. I am fortunate enough to work with the best of the best Industry experts. It was a great pleasure to hang out with my Community friends – Ahswin Kini, HimaBindu Vejella, Vasudev G, Suprotim Agrawal, Dhananjay, Vikram Pendse, Mahesh Dhola, Mahesh Mitkari,  Manu Zacharia, Shobhan, Hardik Shah, Ashish Mohta, Manan, Subodh Sohani and Sanjay Shetty (of course!) .  (Please let me know if I have met you at the event and forgot your name to list here). Time: 8:00 PM – onwards Community Leaders Dinner After lots of meetings, I headed towards the Community Leaders dinner meeting and met almost all the folks I met in morning. The discussion was almost the same but the real good thing was that we were enjoying it. The food was really good. Nupur was invited in the event, but Shaivi could not come. When Nupur tried to enter the event, she was stopped as Shaivi did not have the pass to enter the dinner. Nupur expressed that Shaivi is only 8 months old and does not eat outside food as well and could not stay by herself at this age, but the door keeper did not agree and asked that without the entry details Shaivi could not go in, but Nupur could. Nupur called me on phone and asked me to help her out. By the time, I was outside; the organizer of the event reached to the door and happily approved Shaivi to join the party. Once in the party, Shaivi had lots of fun meeting so many people. Shaivi Dave and Abhishek Kant Dean Guida (Infragistics President and CEO) and Pinal Dave (SQLAuthority.com) Day 3 – April 14, 2010 Though, it was last day, I was very much excited today as I was about to present my very favorite session. Query Optimization and Performance Tuning is my domain expertise and I make my leaving by consulting and training the same. Today’s session was on the same subject and as an additional twist, another subject about Spatial Database was presented. I was always intrigued with Spatial Database and I have enjoyed learning about it; however, I have never thought about Spatial Indexing before it was decided that I will do this session. I really thank Solid Quality Mentor Dr. Greg Low for his assistance in helping me prepare the slide deck and also review the content. Furthermore, today was really what I call my ‘learning day’ . So far I had not attended any session in TechEd and I felt a bit down for that. Everybody spends their valuable time & money to learn something new and exciting in TechEd and I had not attended a single session at the moment thinking that it was already last day of the event. I did have a plan for the day and I attended two technical sessions before my session of spatial database. I attended 2 sessions of Vinod Kumar. Vinod is a natural storyteller and there was no doubt that his sessions would be jam-packed. People attended his sessions simply because Vinod is syhe speaker. He did not have a single time disappointed audience; he is truly a good speaker. He knows his stuff very well. I personally do not think that in India he can be compared to anyone for SQL. Time: 12:30pm-1:30pm SQL Server Query Optimization, Execution and Debugging Query Performance I really had a fun time attending this session. Vinod made this session very interactive. The entire audience really got into the presentation and started participating in the event. Vinod was presenting a small problem with Query Tuning, which any developer would have encountered and solved with their help in such a fashion that a developer feels he or she have already resolved it. In one question, I was the only one who was ready to answer and Vinod told me in a light tone that I am now allowed to answer it! The audience really found it very amusing. There was a huge crowd around Vinod after the session. Vinod – A master storyteller! Time: 3:45pm-4:45pm Data Recovery / consistency with CheckDB This session was much heavier than the earlier one, and I must say this is my most favorite session I EVER attended in India. In this TechEd I have only attended two sessions, but in my career, I have attended numerous technical sessions not only in India, but all over the world. This session had taken my breath away. One by one, Vinod took the different databases, and started to corrupt them in different ways. Each database has some unique ways to get corrupted. Once that was done, Vinod started to show the DBCC CEHCKDB and demonstrated how it can solve your problem. He finally fixed all the databases with this single tool. I do have a good knowledge of this subject, but let me honestly admit that I have learned a lot from this session. I enjoyed and cheered during this session along with other attendees. I had total satisfaction that, just like everyone, I took advantage of the event and learned something. I am now TECHnically EDucated. Pinal Dave and Vinod Kumar After two very interactive and informative SQL Sessions from Vinod Kumar, the next turn me presenting on Spatial Database and Indexing. I got once again nervous but Vinod told me to stay natural and do my presentation. Well, once I got a huge stage with a total of four projectors and a large crowd, I felt better. Time: 5:00pm-6:00pm Session 3: Developing with SQL Server Spatial and Deep Dive into Spatial Indexing Pinal Presenting session at TechEd India 2010 Pinal Presenting session at TechEd India 2010 I kicked off this session with Michael J Swart‘s beautiful spatial image. This session was the last one for the day but, to my surprise, I had more than 200+ attendees. Slowly, the rain was starting outside and I was worried that the hall would not be full; despite this, there was not a single seat available in the first five minutes of the session. Thanks to all of you for attending my presentation. I had demonstrated the map of world (and India) and quickly explained what  Geographic and Geometry data types in Spatial Database are. This session had interesting story of Indexing and Comparison, as well as how different traditional indexes are from spatial indexing. Pinal Presenting session at TechEd India 2010 Due to the heavy rain during this event, the power went off for about 22 minutes (just an accident – nobodies fault). During these minutes, there were no audio, no video and no light. I continued to address the mass of 200+ people without any audio device and PowerPoint. I must thank the audience because not a single person left from the session. They all stayed in their place, some moved closure to listen to me properly. I noticed that the curiosity and eagerness to learn new things was at the peak even though it was the very last session of the TechEd. Everybody wanted get the maximum knowledge out of this whole event. I was touched by the support from audience. They listened and participated in my session even without any kinds of technology (no ppt, no mike, no AC, nothing). During these 22 minutes, I had completed my theory verbally. Pinal Presenting session at TechEd India 2010 After a while, we got the projector back online and we continued with some exciting demos. Many thanks to Microsoft people who worked energetically in background to get the backup power for project up. I had a very interesting demo wherein I overlaid Bangalore and Hyderabad on the India Map and find their aerial distance between them. After finding the aerial distance, we browsed online and found that SQL Server estimates the exact aerial distance between these two cities, as compared to the factual distance. There was a huge applause from the crowd on the subject that SQL Server takes into the count of the curvature of the earth and finds the precise distances based on details. During the process of finding the distance, I demonstrated a few examples of the indexes where I expressed how one can use those indexes to find these distances and how they can improve the performance of similar query. I also demonstrated few examples wherein we were able to see in which data type the Index is most useful. We finished the demos with a few more internal stuff. Pinal Presenting session at TechEd India 2010 Despite all issues, I was mostly satisfied with my presentation. I think it was the best session I have ever presented at any conference. There was no help from Technology for a while, but I still got lots of appreciation at the end. When we ended the session, the applause from the audience was so loud that for a moment, the rain was not audible. I was truly moved by the dedication of the Technology enthusiasts. All the MVPs and several Community leaders were present at the dinner. I would like to express my gratitude to Abhishek Kant for organizing this wonderful event for us. It was a blast and really relaxing in all angles. We all stayed there for a long time and talked about our sweet and unforgettable memories of the event. The Objective of this exercise is to give input as name and it greets with Hello Appended by that name example, if I give input as "James" the BPEL process returns "Hello James". 1. Open the Oracle JDeveloper click on File -> New Application give the name "JamesApp" you can give your own name if it pleases you. Select the folder where you want to place the application. Click "OK" 2. Right Click on the "JamesApp" in the Application Navigator, Select New Menu. 3. Select "Projects" under "General" and "BPEL Process Project", click "OK" these steps remain same for all BPEL Projects 4. Project Setting Wizard Appears, Give the "Process Name" as "MyBPELProc" and Namespace as http://xmlns.james.com/ MyBPELProc, Select Template as "Synchronous BPEL Process click "Next" 5. Accept the input and output schema names as it is, click "Finish" 6. You would see the BPEL Process Designer, some of the folders such as Integration content and Resources are created and few more files 7. Assign Activity : Allows Assigning values to variables or copying values of one variable to another and also do some string manipulation or mathematical operations In the component palette at extreme right, select Process Activities from the drop down, and drag and drop "Assign" between "receive Input" and "replyOutput" 8. You can right click and edit the Assign activity and give any suitable name "AssignHello", 9. Select "Copy Operation" Tab create "Copy Operation" 10. In the From variables click on expression builder, select input under "input variable", Click on insert into expression bar, complete the concat syntax, Note to use "Ctrl+space bar" inside expression window to Auto Populate the expression as shown in the figure below. What we are actually doing here is concatenating the String "Hello ", with the variable value received through the variable named "input" 11. Observe that once an expression is completed the "To Variable" is assigned to a variable by name "result" 12. Finally the copy variable looks as below 13. It's the time to deploy, start the SOA Suite 14. Establish connection to the Server from JDeveloper, this can be done adding a New Application Server under Connection, give the server name, username and password and test connection. 15. Deploy the "MyBPELProc" to the "default domain" 16. http://localhost:8080/ allows connecting to SOA Suite web portal, click on "BPEL Control" , login with the username "oc4jadmin" password what ever you gave during installation 17. "MyBPELProc" is visisble under "Deployed BPEL Processes" in the "Dashboard" Tab, click on the it 18. Initiate tab open to accept input, enter data such as input is "James" click on "Post XML Button" 19. Click on Visual Flow 20. Click on receive Input , it shows "James" as input received 21. Click on reply Output, it shows "Hello James" so the BPEL process is successfully executed. 22. It may be worth seeing all the instance created everytime a BPEL process is executed by giving some inputs. Purge All button allows to delete all the unwanted previous instances of BPEL process, dont worry it wont delete the BPEL process itself :-) 23. It may also be some importance to understand the XSD File which holds input & output variable names & data types. 24. You could drag n drop variables as elements over sequence at the designer or directly edit the XML Source file.

  • Apache 2.2 and FastCGI stops responding, warnings, crashes

    I've seen this question posted a few times using a Google search, with no real answers. I have a multi-threaded FastCGI application running with Apache 2.2 on FreeBSD 7.2. There are a few issues with it, and I am unable to really figure out the source of the problem even after poking through a bunch of the mod_fastcgi source code. My FastCGI application gets anywhere from 2 to 15 or so hits per second, and mostly services a back-end API (the majority of web server usage is for this, and not actually serving content). Everything seems to work ok under normal conditions, but recently this problem has been becoming worse. It starts out with the FastCGI process manager apparently trying to close unneeded processes, sending them a SIGTERM signal. I catch the signal, clean up some stuff, and exit (by calling exit()) with status code 0. This process seems to result in three log messages in my httpd error log: [Tue Jun 01 14:03:31 2010] [warn] FastCGI: (dynamic) server "/home/program/wwwroot/domains/www.mydomain.com/cgi-bin/program.cgi" (pid 98182) termination signaled [Tue Jun 01 14:03:31 2010] [warn] FastCGI: (dynamic) server "/home/program/wwwroot/domains/www.mydomain.com/cgi-bin/program.cgi" (pid 98182) terminated by calling exit with status '0' [Tue Jun 01 14:03:31 2010] [warn] FastCGI: (dynamic) server "/home/program/wwwroot/domains/www.mydomain.com/cgi-bin/program.cgi" restarted (pid 98294) I am not sure why it says it is restarting the process, but in any case no core dump is ever generated so I do believe it is the FastCGI process manager doing it's thing. This makes sense because it begins to happen after the initial load increase from restarting Apache. Since it's down for a few seconds, it gets hit with a couple of hundred requests over the first few seconds it's running again (sometimes even hitting the upper limit of MAXCLIENTS in Apache), and this seems to be the process manager doing the work of spawning more processes to handle the increased load. So this all seems fine, but here is where things get weird. There are really two problems that I see. First, my multithreaded FastCGI process spawns 25 worker threads, and all seem to be used according to my internal log files (multiple processes are clearly using multiple threads to do work). However it seems that 3 or 4 FastCGI processes is not enough to handle the 5 to 15 hit per second load, even though the requests take about .02s or so to process internally. In order to be at all responsive, it seems I need 50 or more FastCGI processes, leading me to believe that FastCGI does not realize that my program is multithreaded. I've read the documentation at http://www.fastcgi.com/mod_fastcgi/docs/mod_fastcgi.html and do not see any option pertaining to multithreaded-ness, and my internal code is more or less set up just like the examples provided by the FastCGI library. The second problem I am having is that once process termination has happened a bunch of times as above (and seemingly at random), I begin getting a lot of these messages in my error log: [Tue Jun 01 14:06:22 2010] [warn] (32)Broken pipe: FastCGI: write() to PM failed (ignore if a restart or shutdown is pending) The messages occur for about half the hits I get to the server, and it completely kills the responsiveness of my application - it seems FastCGI will look for a working "pipe" until it finds one, and fail to realize that whatever application it is trying to contact is dead. It does still work though, it's just incredibly unresponsive - sometimes taking up to 40 or so seconds to process a request. I recompiled mod_fastcgi with some extra debugging around the point of the error message, and it appears that the error happens when it tries to write() to the application. The call to write() fails with a -1 return code, and sets errno to EPIPE. I am noticing that the issue happens mostly when either a crash occurs in one of the FastCGI processes, or a bunch of them are seemingly terminated by the process manager. I haven't had any core dumps though, except for one, where the backtrace outputted by gdb is just a single call to free() at address 0x0000000000000000 with nothing else in the stack trace, so I don't really know what to make of that. I'm thinking it happens sometime after the SIGTERM signal is caught, maybe some global variable not being cleaned up properly or something.

  • Entity Framework 4.0: Creating objects of correct type when using lazy loading

    In my posting about Entity Framework 4.0 and POCOs I introduced lazy loading in EF applications. EF uses proxy classes for lazy loading and this means we have new types in that come and go dynamically in runtime. We don’t have these types available when we write code but we cannot forget that EF may expect us to use dynamically generated types. In this posting I will give you simple hint how to use correct types in your code. The background of lazy loading and proxy classes As a first thing I will explain you in short what is proxy class. Business classes when designed correctly have no knowledge about their birth and death – they don’t know how they are created and they don’t know how their data is persisted. This is the responsibility of object runtime. When we use lazy loading we need a little bit different classes that know how to load data for properties when code accesses the property first time. As we cannot add this functionality to our business classes (they may be stored through more than one data access technology or by more than one Data Access Layer (DAL)) we create proxy classes that extend our business classes. If we have class called Product and product has lazy loaded property called Customer then we need proxy class, let’s say ProductProxy, that has same public signature as Product so we can use it INSTEAD OF product in our code. ProductProxy overrides Customer property. If customer is not asked then customer is null. But if we ask for Customer property then overridden property of ProductProxy loads it from database. This is how lazy loading works. Problem – two types for same thing As lazy loading may introduce dynamically generated proxy types we don’t know in our application code which type is returned. We cannot be sure that we have Product not ProductProxy returned. This leads us to the following question: how can we create Product of correct type if we don’t know the correct type? In EF solution is simple. Solution – use factory methods If you are using repositories and you are not using factories (imho it is pretty pointless with mapper) you can add factory methods to your EF based repositories. Take a look at this class. public class Event {     public int ID { get; set; }     public string Title { get; set; }     public string Location { get; set; }     public virtual Party Organizer { get; set; }     public DateTime Date { get; set; } } We have virtual member called Organizer. This property is virtual because we want to use lazy loading on this class so Organizer is loaded only when we ask it. EF provides us with method called CreateObject<T>(). CreateObject<T>() is member of ObjectContext class and it creates the object based on given type. In runtime proxy type for Event is created for us automatically and when we call CreateObject<T>() for Event it returns as object of Event proxy type. The factory method for events repository is as follows. public Event CreateEvent() {     var evt = _context.CreateObject<Event>();     return evt; } And we are done. Instead of creating factory classes we created factory methods that guarantee that created objects are of correct type. Conclusion Although lazy loading introduces some new objects we cannot use at design time because they live only in runtime we can write code without worrying about exact implementation type of object. This holds true until we have clean code and we don’t make any decisions based on object type. EF4.0 provides us with very simple factory method that create and return objects of correct type. All we had to do was adding factory methods to our repositories.

    The reference implementation in Fusion Applications is designed with built-in data security on business objects that implement the most common business practices.  For example, the “Sales Representative” job has the following two data security rules implemented on an “Opportunity” to restrict the list of Opportunities that are visible to an Sales Representative: Can view all the Opportunities where they are a member of the Opportunity Team Can view all the Opportunities where they are a resource of a territory in the Opportunity territory team While the above conditions may represent the most common access requirements of an Opportunity, some customers may have additional access constraints. This blog post explains: How to discover the data security implemented in Fusion Applications. How to customize data security Illustrative example. a.) How to discover seeded data security definitions The Security Reference Manuals explain the Function and Data Security implemented on each job role.  Security Reference Manuals are available on Oracle Enterprise Repository for Oracle Fusion Applications. The following is a snap shot of the security documented for the “Sales Representative” Job. The two data security policies define the list of Opportunities a Sales Representative can view. Here is a sample of data security policies on an Opportunity. Business Object Policy Description Policy Store Implementation Opportunity A Sales Representative can view opportunity where they are a territory resource in the opportunity territory team Role: Opportunity Territory Resource Duty Privilege: View Opportunity (Data) Resource: Opportunity A Sales Representative can view opportunity where they are an opportunity sales team member with view, edit, or full access Role: Opportunity Sales Representative Duty Privilege: View Opportunity (Data) Resource: Opportunity Description of Columns Column Name Description Policy Description Explains the data filters that are implemented as a SQL Where Clause in a Data Security Grant Policy Store Implementation Provides the implementation details of the Data Security Grant for this policy. In this example the Opportunities listed for a “Sales Representative” job role are derived from a combination of two grants defined on two separate duty roles at are inherited by the Sales Representative job role. b.) How to customize data security Requirement 1: Opportunities should be viewed only by members of the opportunity team and not by all the members of all the territories on the opportunity. Solution: Remove the role “Opportunity Territory Resource Duty” from the hierarchy of the “Sales Representative” job role. Best Practice: Do not modify the seeded role hierarchy. Create a custom “Sales Representative” job role and build the role hierarchy with the seeded duty roles. Requirement 2: Opportunities must be more restrictive based on a custom attribute that identifies if a Opportunity is confidential or not. Confidential Opportunities must be visible only the owner of the Opportunity. Solution: Modify the (2) data security policy in the above example as follows: A Sales Representative can view opportunity where they are a territory resource in the opportunity territory team and the opportunity is not confidential. Implementation of this policy is more invasive. The seeded SQL where clause of the data security grant on “Opportunity Territory Resource Duty” has to be modified and the condition that checks for the confidential flag must be added. Best Practice: Do not modify the seeded grant. Create a new grant with the modified condition. End Date the seeded grant. c.) Illustrative Example (Implementing Requirement 2) A data security policy contains the following components: Role Object Instance Set Action Of the above four components, the Role and Instance Set are the only components that are customizable. Object and Actions for that object are seed data and cannot be modified. To customize a seeded policy, “A Sales Representative can view opportunity where they are a territory resource in the opportunity territory team”, Find the seeded policy Identify the Role, Object, Instance Set and Action components of the policy Create a new custom instance set based on the seeded instance set. End Date the seeded policies Create a new data security policy with custom instance set c-1: Find the seeded policy Step 1: 1. Find the Role 2. Open 3. Find Policies Step 2: Click on the Data Security Tab Sort by “Resource Name” Find all the policies with the “Condition” as “where they are a territory resource in the opportunity territory team” In this example, we can see there are 5 policies for “Opportunity Territory Resource Duty” on Opportunity object. Step 3: Now that we know the policy details, we need to create new instance set with the custom condition. All instance sets are linked to the object. Find the object using global search option. Open it and click on “condition” tab Sort by Display name Find the Instance set Edit the instance set and copy the “SQL Predicate” to a notepad. Create a new instance set with the modified SQL Predicate from above by clicking on the icon as shown below. Step 4: End date the seeded data security policies on the duty role and create new policies with your custom instance set. Repeat the navigation in step Edit each of the 5 policies and end date them 3. Create new custom policies with the same information as the seeded policies in the “General Information”, “Roles” and “Action” tabs. 4. In the “Rules” tab, please pick the new instance set that was created in Step 3.

  • Query Logging in Analysis Services

    On a project I work on, we capture the queries that get executed on our Analysis Services instance (SQL Server 2008 R2) and use the table for helping us to build aggregations and also we aggregate the query log daily into a data warehouse of operational data so we can track usage of our Analysis databases by users over time. We've learned a couple of helpful things about this logging that I'd like to share here.First off, the query log table automatically gets cleaned out by SSAS under a few conditions - schema changes to the analysis database and even regular data and aggregation processing can delete rows in the table. We like to keep these logs longer than that, so we have a trigger on the table that copies all rows into another table with the same structure:Here is our trigger code:CREATE TRIGGER [dbo].[SaveQueryLog] on [dbo].[OlapQueryLog] AFTER INSERT AS       INSERT INTO dbo.[OlapQueryLog_History] (MSOLAP_Database, MSOLAP_ObjectPath, MSOLAP_User, Dataset, StartTime, Duration)      SELECT MSOLAP_Database, MSOLAP_ObjectPath, MSOLAP_User, Dataset, StartTime, Duration FROM inserted Second, the query logging process is "best effort" - if SSAS cannot connect to the database listed in the QueryLogConnectionString in the Analysis Server properties, it just stops logging - it doesn't generate any errors to the client at all, which is a good thing. Once it stops logging, it doesn't retry later - an hour, a day, a week, or even a month later, so long as the service doesn't restart.That has burned us a couple of times, when we have made changes to the service account that is used for SSAS, and that account doesn't have access to the database we want to log to. The last time this happened, we noticed a while later that no logging was taking place, and I determined that the service account didn't have sufficient permissions, so I made the necessary changes to give that service account access to the logging database. I first tried just the db_datawriter role and that wasn't enough, so I granted the service account membership in the db_owner role. Yes, that's a much bigger set of permissions, but I didn't want to search out the specific permissions at the time. Once I determined that the service account had the appropriate permissions, I wanted to get query logging restarted from SSAS, and I wondered how to do that? Having just used a larger hammer than necessary with the db_owner role membership, I considered just restarting SSAS to get it logging again. However, this was a production server, and it was in the middle of business hours, and there were active users connecting to that SSAS instance, so I thought better of it.As I considered the options, I remembered that the first time I set up query logging, by putting in a valid connection string to the QueryLogConnectionString server property, logging started immediately after I saved the properties. I wondered if I could make some other change to the connection string so that the query logging would start again without restarting the service. I went into the connection string dialog, went to the All page, and looked at the properties I could change that wouldn't affect the actual connection. Aha! The Application Name property would do just nicely - I set it to "SSAS Query Logging" (it was previously blank) and saved the changes to the server properties. And the query logging started up right away. If I need to get this running again in the future, I could just make a small change in the Application Name property again, save it, and even change it back again if I wanted to.The other nice side effect of setting the Application Name property is that now I can see (and possibly filter for or filter out) the SQL activity in that database that is related to the query logging process in Profiler:  To sum up:The SSAS Query Logging process will automatically delete rows from the QueryLog table, so if you want to keep them longer, put a trigger on the table to copy the rows to another tableThe SSAS service account requires more than db_datawriter role membership (and probably less than db_owner) in the database specified in the QueryLogConnectionString server property to successfully insert log rows to the QueryLog  table.Query logging will stop quietly whenever it encounters an error. Make a change to the QueryLogConnectionString server property (such as the Application Name attribute) to get query logging to restart and you won't have to restart the service.

  • Databases in Source Control

    I’ve been working as a database professional for quite a long time. But originally, I was a developer. And I loved being a developer. There was this constant feedback loop of a job well done, your code compiled and it ran. Every time this happened successfully, you’d check it into source control. These days you have to add another step; the code passed all the tests, unit, line, regression, qa, whatever, then into source control it goes. As a matter of fact, when I first made the jump from developer to DBA/database developer/database professional, source control was the one thing I couldn’t believe was missing from the DBA toolbox. Come to find out, source control was only the beginning of what was missing from your standard DBAs set of skills. Don’t get me wrong. I’m not disrespecting the DBA. They’re focused where they should be, on your production data. But there has to be a method for developing applications that include databases and the database side of that development and deployment process has long been lacking. This lack of development and deployment methodologies is a part of what has given rise to some of the wackier implementations of Object Relational Mapping tools, the NoSQL movement, and some of the other foul cursing that is directed towards databases, DBAs, and database development by application developers. Some of that is well earned. A lot isn’t. But it is a fact that database professionals, in general, do not have as sophisticated a model for managing development and deployment as application developers do. We could charge out and start trying to come up with our own standards and methods. I’m sure people have done exactly that. However, I’m lazy, and not terribly bright. Rather than try to invent a whole new process, I’m going to look to my developer roots and choose instead to emulate the developers. They’re sitting over there across the hall from me working with SCRUM/Agile/Waterfall/Object Driven/Feature Driven/Test Driven development processes that they’ve been polishing for years. What if I just started working on database development the same way they work on code development? Win! Ah, but now I have to have a mechanism for treating my database like application code. First, I need a method for getting it into source control. That’s where Red Gate’s SQL Source Control comes into the picture. SQL Source Control works within SQL Server Management Studio to connect your database objects up to the source control system of your choice. Right out of the box SQL Source Control can link to TFS, SVN or Vault. With a little work you can connect it to Git or just about any other source control system. With the ability to get my database into source control, a lot of possibilities for more direct integration with the application development teams open up.

  • The Top Ten Security Top Ten Lists

    As a marketer, we're always putting together the top 3, or 5 best, or an assortment of top ten lists. So instead of going that route, I've put together my top ten security top ten lists. These are not only for security practitioners, but also for the average Joe/Jane; because who isn't concerned about security these days? Now, there might not be ten for each one of these lists, but the title works best that way. Starting with my number ten (in no particular order): 10. Top 10 Most Influential Security-Related Movies Amrit Williams pulls together a great collection of security-related movies. He asks for comments on which one made you want to get into the business. I would have to say that my most influential movie(s), that made me want to get into the business of "stopping the bad guys" would have to be the James Bond series. I grew up on James Bond movies: thwarting the bad guy and saving the world. I recall being both ecstatic and worried when Silicon Valley-themed "A View to A Kill" hit theaters: "An investigation of a horse-racing scam leads 007 to a mad industrialist who plans to create a worldwide microchip monopoly by destroying California's Silicon Valley." Yikes! 9. Top Ten Security Careers From movies that got you into the career, here’s a top 10 list of security-related careers. It starts with number then, Information Security Analyst and ends with number one, Malware Analyst. They point out the significant growth in security careers and indicate that "according to the Bureau of Labor Statistics, the field is expected to experience growth rates of 22% between 2010-2020. If you are interested in getting into the field, Oracle has many great opportunities all around the world.  8. Top 125 Network Security Tools A bit outside of the range of 10, the top 125 Network Security Tools is an important list because it includes a prioritized list of key security tools practitioners are using in the hacking community, regardless of whether they are vendor supplied or open source. The exhaustive list provides ratings, reviews, searching, and sorting. 7. Top 10 Security Practices I have to give a shout out to my alma mater, Cal Poly, SLO: Go Mustangs! They have compiled their list of top 10 practices for students and faculty to follow. Educational institutions are a common target of web based attacks and miscellaneous errors according to the 2014 Verizon Data Breach Investigations Report.    6. (ISC)2 Top 10 Safe and Secure Online Tips for Parents This list is arguably the most important list on my list. The tips were "gathered from (ISC)2 member volunteers who participate in the organization’s Safe and Secure Online program, a worldwide initiative that brings top cyber security experts into schools to teach children ages 11-14 how to protect themselves in a cyber-connected world…If you are a parent, educator or organization that would like the Safe and Secure Online presentation delivered at your local school, or would like more information about the program, please visit here.” 5. Top Ten Data Breaches of the Past 12 Months This type of list is always changing, so it's nice to have a current one here from Techrader.com. They've compiled and commented on the top breaches. It is likely that most readers here were effected in some way or another. 4. Top Ten Security Comic Books Although mostly physical security controls, I threw this one in for fun. My vote for #1 (not on the list) would be Professor X. The guy can breach confidentiality, integrity, and availability just by messing with your thoughts. 3. The IOUG Data Security Survey's Top 10+ Threats to Organizations The Independent Oracle Users Group annual survey on enterprise data security, Leaders Vs. Laggards, highlights what Oracle Database users deem as the top 12 threats to their organization. You can find a nice graph on page 9; Figure 7: Greatest Threats to Data Security. 2. The Ten Most Common Database Security Vulnerabilities Though I don't necessarily agree with all of the vulnerabilities in this order...I like a list that focuses on where two-thirds of your sensitive and regulated data resides (Source: IDC).  1. OWASP Top Ten Project The Online Web Application Security Project puts together their annual list of the 10 most critical web application security risks that organizations should be including in their overall security, business risk and compliance plans. In particular, SQL injection risks continues to rear its ugly head each year. Oracle Audit Vault and Database Firewall can help prevent SQL injection attacks and monitor database and system activity as a detective security control. Did I miss any?

  • DCOM Authentication Fails to use Kerberos, Falls back to NTLM

    I have a webservice that is written in Classic ASP. In this web service it attempts to create a VirtualServer.Application object on another server via DCOM. This fails with Permission Denied. However I have another component instantiated in this same webservice on the same remote server, that is created without problems. This component is a custom-in house component. The webservice is called from a standalone EXE program that calls it via WinHTTP. It has been verified that WinHTTP is authenticating with Kerberos to the webservice successfully. The user authenticated to the webservice is the Administrator user. The EXE to webservice authentication step is successful and with kerberos. I have verified the DCOM permissions on the remote computer with DCOMCNFG. The default limits allow administrators both local and remote activation, both local and remote access, and both local and remote launch. The default component permissions allow the same. This has been verified. The individual component permissions for the working component are set to defaults. The individual component permissions for the VirtualServer.Application component are also set to defaults. Based upon these settings, the webservice should be able to instantiate and access the components on the remote computer. Setting up a Wireshark trace while running both tests, one with the working component and one with the VirtualServer.Application component reveals an intresting behavior. When the webservice is instantiating the working, custom, component, I can see the request on the wire to the RPCSS endpoint mapper first perform the TCP connect sequence. Then I see it perform the bind request with the appropriate security package, in this case kerberos. After it obtains the endpoint for the working DCOM component, it connects to the DCOM endpoint authenticating again via Kerberos, and it successfully is able to instantiate and communicate. On the failing VirtualServer.Application component, I again see the bind request with kerberos go to the RPCC endpoing mapper successfully. However, when it then attempts to connect to the endpoint in the Virtual Server process, it fails to connect because it only attempts to authenticate with NTLM, which ultimately fails, because the webservice does not have access to the credentials to perform the NTLM hash. Why is it attempting to authenticate via NTLM? Additional Information: Both components run on the same server via DCOM Both components run as Local System on the server Both components are Win32 Service components Both components have the exact same launch/access/activation DCOM permissions Both Win32 Services are set to run as Local System The permission denied is not a permissions issue as far as I can tell, it is an authentication issue. Permission is denied because NTLM authentication is used with a NULL username instead of Kerberos Delegation Constrained delegation is setup on the server hosting the webservice. The server hosting the webservice is allowed to delegate to rpcss/dcom-server-name The server hosting the webservice is allowed to delegate to vssvc/dcom-server-name The dcom server is allowed to delegate to rpcss/webservice-server The SPN's registered on the dcom server include rpcss/dcom-server-name and vssvc/dcom-server-name as well as the HOST/dcom-server-name related SPNs The SPN's registered on the webservice-server include rpcss/webservice-server and the HOST/webservice-server related SPNs Anybody have any Ideas why the attempt to create a VirtualServer.Application object on a remote server is falling back to NTLM authentication causing it to fail and get permission denied? Additional information: When the following code is run in the context of the webservice, directly via a testing-only, just-developed COM component, it fails on the specified line with Access Denied. This suggests that for some reason the webservice thinks it cant use kerberos...

Cloud is the biggest buzzword around from last few years. Everyone knows about the Cloud and it is extremely well defined online. In this article we will discuss cloud in the context of the Big Data. Cloud computing is a method of providing a shared computing resources to the application which requires dynamic resources. These resources include applications, computing, storage, networking, development and various deployment platforms. The fundamentals of the cloud computing are that it shares pretty much share all the resources and deliver to end users as a service.  Examples of the Cloud Computing and Big Data are Google and Amazon.com.   • Logging WebSocket Frames using Chrome Developer Tools, Net-internals and Wireshark (TOTD #184)

    TOTD #183 explained how to build a WebSocket-driven application using GlassFish 4. This Tip Of The Day (TOTD) will explain how do view/debug on-the-wire messages, or frames as they are called in WebSocket parlance, over this upgraded connection. This blog will use the application built in TOTD #183. First of all, make sure you are using a browser that supports WebSocket. If you recall from TOTD #183 then WebSocket is combination of Protocol and JavaScript API. A browser supporting WebSocket, or not, means they understand your web pages with the WebSocket JavaScript. caniuse.com/websockets provide a current status of WebSocket support in different browsers. Most of the major browsers such as Chrome, Firefox, Safari already support WebSocket for the past few versions. As of this writing, IE still does not support WebSocket however its planned for a future release. Viewing WebSocket farmes require special settings because all the communication happens over an upgraded HTTP connection over a single TCP connection. If you are building your application using Java, then there are two common ways to debug WebSocket messages today. Other language libraries provide different mechanisms to log the messages. Lets get started! Chrome Developer Tools provide information about the initial handshake only. This can be viewed in the Network tab and selecting the endpoint hosting the WebSocket endpoint. You can also click on "WebSockets" on the bottom-right to show only the WebSocket endpoints. Click on "Frames" in the right panel to view the actual frames being exchanged between the client and server. The frames are not refreshed when new messages are sent or received. You need to refresh the panel by clicking on the endpoint again. To see more detailed information about the WebSocket frames, you need to type "chrome://net-internals" in a new tab. Click on "Sockets" in the left navigation bar and then on "View live sockets" to see the page. Select the box with the address to your WebSocket endpoint and see some basic information about connection and bytes exchanged between the client and the endpoint. Clicking on the blue text "source dependency ..." shows more details about the handshake. If you are interested in viewing the exact payload of WebSocket messages then you need a network sniffer. These tools are used to snoop network traffic and provide a lot more details about the raw messages exchanged over the network. However because they provide lot more information so they need to be configured in order to view the relevant information. Wireshark (nee Ethereal) is a pretty standard tool for sniffing network traffic and will be used here. For this blog purpose, we'll assume that the WebSocket endpoint is hosted on the local machine. These tools do allow to sniff traffic across the network though. Wireshark is quite a comprehensive tool and we'll capture traffic on the loopback address. Start wireshark, select "loopback" and click on "Start". By default, all traffic information on the loopback address is displayed. That includes tons of TCP protocol messages, applications running on your local machines (like GlassFish or Dropbox on mine), and many others. Specify "http" as the filter in the top-left. Invoke the application built in TOTD #183 and click on "Say Hello" button once. The output in wireshark looks like Here is a description of the messages exchanged: Message #4: Initial HTTP request of the JSP page Message #6: Response returning the JSP page Message #16: HTTP Upgrade request Message #18: Upgrade request accepted Message #20: Request favicon Message #22: Responding with favicon not found Message #24: Browser making a WebSocket request to the endpoint Message #26: WebSocket endpoint responding back You can also use Fiddler to debug your WebSocket messages.   • SQL Developer Data Modeler v3.3 Early Adopter: Collaborative Design via Excel?

    As you may have heard last week, we have a new version of Oracle SQL Developer Data Modeler now available as an Early Adopter release. Version 3.3 has quite a few new features and I’ll be previewing them here. Today’s topic is our new Excel integration. It builds off of last week’s lesson: Search, so you may want to go read that first. They say it takes a village to raise a child. I say it takes a team to build a data model. You have your techie folks, your business folks, your in-betweeners, and your database geeks. Who gets to define how customers are represented and stored in your database? That data lives forever, so you better get it right from the beginning, or you’ll be living in a hacker’s paradise for years to come. Lots of good rantings, ravings, and advice on this topic in general on Karen Lopez’s (@datachick) blog. But let’s say you are the primary modeler on a project. You dutifully interview the business folks for their requirements. You sit down and start to model and think you’re pretty close. Now you need someone to confirm your assumptions and provide some feedback. Do you send your model over? Take a screenshot and blow it up on a whiteboard? Export to HTML and let them take a magic marker to their monitors? Or maybe you bite the bullet and install your modeling software on their desktops and take the hours or days required to train them up on how to use the the tool. Wouldn’t it be nice if they could just mark up their corrections in Excel and let you suck the updates back in? This is what we have started to build in Oracle SQL Developer Data Modeler. Let’s say you have a new table called ‘UT_STARTUPS.’ It looks a little something like this: A table in Oracle SQL Developer Data Modeler What I would like to do is have my team or co-worker review how I have defined those columns. Perhaps TIMESTAMP is overkill or maybe the column names themselves aren’t up to snuff. What I am going to do is now search for all the columns in my table, then export that to Excel. So do a search for UT_STARTUPS. Search, filter, then Report With the filter set to ‘Columns,’ if I do a report I’ll be only getting the columns that are resolving to my search term. So as long as my table name is unique in the model, I should get what I’m looking for. Here’s what I see when I click on the Report button: XLS or XLSX, either format is just fine I want to decide how the Column data is exported to Excel though, so I’m going to create a report template that I can use going forward. So click the ‘Manage’ button and setup a new template. I’m going to call mine ‘CollaborativeDevelopment.’ The templates allow me to define what properties are included in the reports. Once this is set, I’ll have the XLS file generated, and get to work Now let the Excel junkies do their stuff Note that not ALL of the report properties are update-able (yes, I made up a new word there) via Excel. We’ll have the full list of properties documented going forward, but in my Excel sheet, note that I can’t change the table name or the data types for the columns. I’m going to update some column names and supply ‘nice’ comments so the database users know what’s what. Here’s my input for the designer/architect/database dude: Be kind, please rew…use comments. Save the file, email it back to your modeler. Update the model from Excel That’s right, it’s a right mouse click from your model in the tree If everything goes right, you’ll see a nice confirmation message: It’s alive! Another to-do item on tap – making this dialog more informative. We’ll be showing exactly what in your model was updated from Excel. Let’s take another look at the model now Voila! Why are we doing this again? The goal is to reduce the number of round-trips from the modeler and the business process owner. One is used to working with Excel – why not allow them to mark up their changes in the tool they already know? This is an early adopter release and I anticipate this feature getting a good bit of tuning up before we release. Why don’t you download 3.3, give it a whirl, and let us know what you think?

  • SQLAuthority News – Technical Review of Learning at Koenig Solutions

    Yesterday I finished my 3 days fast track in person learning of course End to End SQL Server Business Intelligence at Koenig Solutions. You can read my previous article over here regarding why am I learning SQL Server. Yesterday I blogged about my experience of arriving to Training Center and my induction with the center. The Training Days I had enrolled for three days training so my routine each of the three days was very much same. However, the content every day was different as I was learning something new every day. Let me describe a few of the interesting details of my daily routine. A Single Student Batch The best part of my training was that in my training batch, I am single student. Koenig is known to smaller batches and often they have single student batches as well. I was very much delighted to know that I will have dedicated access and attention from my trainer in my batch as I will be single student in my batch. In most of the labs I have observed there are no more than 4 students at any time. Prakash and Pinal 7:30 AM Breakfast Talk We all students gather at 7:30 in breakfast area. The best time of the day. I was the only Indian student in the group. The other students were from USA, Canada, Nigeria, Bhutan, Tanzania, and a few others from other countries. I immediately become the source of information and reference manual. Though the distance between Delhi and Bangalore is 2000+ KM I was considered as a local guy. 8:30 AMHeading to Training Center Every day without fail at 8:30 the van started from our accommodation to the training center. As mentioned in an earlier blog post the distance is about 5 minutes and we were able to reach at the location before 8:45. This gave us some time settle in before our class starts at 9:00 AM. 9:00 AM Order Lunch Food Well it may sound funny that we just had breakfast 30 minutes but the first thing everybody has to do is to order lunch as soon as the class starts. There is an online training portal to order food for the day. Everybody has to place their order early during the day so the food arrives on time during lunch time. Everybody can order whatever they want to order using an online ordering system. The options are plenty and everybody can order what they like. 9:05 AM Learning Starts After deciding the lunch we started the learning. I was very fortunate to have a very experienced trainer - Prakash Chheatry. Though I have never met him before I have heard a lot about Prakash. He is known as the top most SQL Server Trainer in India. His student list contains some of the very well known SQL Server Experts of the world and few of SQL Server “best seller” book authors. Learning continues till 1:00 PM with one tea-coffee break in between. 1:00 PM Lunch The lunch time is again the fun time. We all students get together in the afternoon and tell the stories of the world. Indeed the best part of the day beside learning new stuff. 4:55 PM Ready to Return We stop at 4:55 as at precisely 5:00 PM the van stops by the institute which takes us back to our accommodation. Trust me seriously long long day always but the amount of the learning is the win of the day. 7:30 PM Dinner Time After coming back to the accommodation I study till 7:30 and then rush for dinner. Dinner is world cuisine and deserts are really delicious. After dinner every day I have written a blog and retired early as the next day is always going to be busier than the present day. What did I learn As I mentioned earlier I know SQL Server fairly well. I had expressed the same in my conversation as well. This is the reason I was assigned a fairly senior trainer and we learned everything quite quickly. As I know quite a few things we went pretty fast in many topics. There were a few things, I wanted to learn in detail as well practice on the labs. We slowed down where we wanted and rush through the concepts where I was very comfortable. Here is the list of the things which we covered in action pack three days. Thanks to my trainer and my friend who helped me to have a good learning experience. I believe all the learning  will help me in my growth and future career. With this I end my this experience. I am planning to have another online learning experience later this month. I will blog about my experience as I begin it.   • BPM Suite 11gR1 Released

    This morning (April 27th, 2010), Oracle BPM Suite 11gR1 became available for download from OTN and eDelivery. If you have been following our plans in this area, you know that this is the release unifying BEA ALBPM product, which became Oracle BPM10gR3, with the Oracle stack. Some of the highlights of this release are: BPMN 2.0 modeling and simulation Web based Process Composer for BPMN and Rules authoring Zero-code environment with full access to Oracle SOA Suite’s rich set of application and other adapters Process Spaces – Out-of-box integration with Web Center Suite Process Analytics – Native process cubes as well as integration with Oracle BAM You can learn more about this release from the documentation. Notes about downloading and installing Please note that Oracle BPM Suite 11gR1 is delivered and installed as part of SOA 11.1.1.3.0, which is a sparse release (only incremental patch). To install: Download and install SOA 11.1.1.2.0, which is a full release (you can find the bits at the above location) Download and install SOA 11.1.1.3.0 During configure step (using the Fusion Middleware configuration wizard), use the Oracle Business Process Management template supplied with the SOA Suite11g (11.1.1.3.0) If you plan to use Process Spaces, also install Web Center 11.1.1.3.0, which also is delivered as a sparse release and needs to be installed on top of Web Center 11.1.1.2.0 Some early feedback We have been receiving very encouraging feedback on this release. Some quotes from partners are included below: “I just attended a preview workshop on BPM Studio, Oracle's BPMN 2.0 tool, held by Clemens Utschig Utschig from Oracle HQ. The usability and ease to get started are impressive. In the business view analysts can intuitively start modeling, then developers refine in their own, more technical view. The BPM Studio sets itself apart from pure play BPMN 2.0 tools by being seamlessly integrated inside a holistic SOA / BPM toolset: BPMN models are placed in SCA-Composites in SOA Suite 11g. This allows to abstract away the complexities of SOA integration aspects from business process aspects. For UIs in BPMN tasks, you have the richness of ADF 11g based Frontends. With BPM Studio we architects have a new modeling and development IDE that gives us interesting design challenges to grasp and elaborate, since many things BPMN 2.0 are different from good ol' BPEL. Oracle Database, the industry’s most advanced database,  includes native location capabilities, fully integrated in the kernel, for fast, scalable, reliable and secure spatial and massive graph applications. It is a foundation for deploying enterprise-wide spatial information systems and locationenabled business applications. Developers can extend existing Oracle-based tools and applications, since they can easily incorporate location information directly in their applications, workflows, and services. Spatial Features The geospatial data features of Oracle Spatial and Graph option support complex geographic information systems (GIS) applications, enterprise applications and location services applications. Oracle Spatial and Graph option extends the spatial query and analysis features included in every edition of Oracle Database with the Oracle Locator feature, and provides a robust foundation for applications that require advanced spatial analysis and processing in the Oracle Database. It supports all major spatial data types and models, addressing challenging business-critical requirements from various industries, including transportation, utilities, energy, public sector, defense and commercial location intelligence. Network Data Model Graph Features The Network Data Model graph explicitly stores and maintains a persistent data model withnetwork connectivity and provides network analysis capability such as shortest path, nearest neighbors, within cost and reachability. It loads partitioned networks into memory on demand, overcomingthe limitations of in-memory analysis. Partitioning massive networks into manageable sub-networkssimplifies the network analysis. RDF Semantic Graph Features RDF Semantic Graph has native support for World Wide Web Consortium standards. It has open, scalable, and secure features for storing RDF/OWL ontologies anddata; native inference with OWL 2, SKOS and user-defined rules; and querying RDF/OWL data withSPARQL 1.1, Java APIs, and SPARQLgraph patterns in SQL. OUI is a graphical user interface utility that enables you to view the Oracle software that is installed on your machine, install new Oracle Database software, and delete Oracle software that you no longer need to use. Online Help is available to guide you through the installation process. One of the installation options is to create a database. If you select database creation, OUI automatically starts Oracle Database Configuration Assistant (DBCA) to guide you through the process of creating and configuring a database. If you do not create a database during installation, you must invoke DBCA after you have installed the software to create a database. You can also use DBCA to create additional databases. Enabling the Spatial Vector Acceleration feature (available with the Spatial option) dramatically improves the performance of commonly used vector data operations, such as sdo_distance, sdo_aggr_union, and sdo_inside. With 12c, these operations also run more efficiently in parallel than in prior versions through the use of metadata caching. For organizations that have been facing processing limitations, these enhancements enable developers to make a small set of configuration changes and quickly realize significant performance improvements. Results include improved index performance, enhanced geometry engine performance, optimized secondary filter optimizations for Spatial operators, and improved CPU and memory utilization for many advanced vector functions. Vector performance acceleration is especially beneficial when using Oracle Exadata Database Machine and other large-scale systems. Oracle Spatial and Graph vector performance acceleration builds on general improvements available to all SDO_GEOMETRY operations in these areas: Caching of index metadata, Concurrent update mechanisms, and Optimized spatial predicate selectivity and cost functions. These optimizations enable more efficient use of: CPU, Memory, and Partitioning Resulting in substantial query performance improvements.UsageTo accelerate the performance of spatial operators, it is recommended that you set the SPATIAL_VECTOR_ACCELERATION database system parameter to the value TRUE. (This parameter is authorized for use only by licensed Oracle Spatial users, and its default value is FALSE.) You can set this parameter for the whole system or for a single session.
