  • Beyond Chatting: What ‘Social’ Means for CRM

Steve then addressed the many applications for collaborative solutions in the area of Human Capital Management. So, in turning to a conversation about Customer Relationship Management (CRM) and Sales Force Automation (SFA), let me ask you one simple question. How many sales people, particularly at business-to-business companies, consistently meet or beat their quotas in their roles by working alone, with no collaboration among fellow sales people, sales executives, employees in product groups, in service, in Legal, third-party partners, etc.? Hello? Is anybody out there? What’s that cricket noise I hear? That’s correct. Nobody! When it comes to Sales, introverts arguably have a distinct disadvantage. While it’s certainly a truism that “success” in most professional endeavors requires working with people, it’s a mandatory success factor in Sales. This fact became abundantly clear to me one early morning in the late 1990s when I joined the former Hyperion Solutions (now part of Oracle) and attended a Sales Award Ceremony. The Head of Sales at that time gave out dozens of awards – none of them to individuals and all of them to TEAMS of individuals. That’s how it works in Sales. Your colleagues help provide you with product intelligence and competitive intelligence. They help you build the best presentations, pitches, and proposals. They help you develop the most killer RFPs. They align you with the best product people to ensure you’re matching the best products for the opportunity and join you in critical meetings. They help knock the socks of your prospects in “bake off” demo’s. They bring in the best partners to either add complementary products to your opportunity or help you implement a solution. They work with you as a collective team. And so how is all this collaboration STILL typically done today? Through email. And yet we all silently or not so silently grimace about email. It’s relatively siloed. It’s painful to search. It’s difficult to align by topic. And it’s nearly impossible to re-trace meaningful and helpful conversations that occurred among a group or a team at some point in history. This is where social networking for Sales comes into play. It’s about PURPOSEFUL social networking versus chattering. What is purposeful social networking? It’s collaboration that’s built around opportunities, accounts, and contacts. It’s collaboration that delivers valuable context – on the target company, and on key competitors – just to name two examples. It’s collaboration that can scale to provide coaching for larger numbers of sales representatives, both for general purposes, and as we’ve largely discussed here, for specific ‘deals.’ And it’s collaboration that allows a team of people to collectively edit and iterate on a document like an RFP or a soon-to-be killer presentation that is maintained in a central repository, with no time wasted searching for it or worrying about version control. But lest we get carried away, let’s remember that collaboration “happens” among sales people whether there is specialized software to support it or not. The human practice of sales has not changed much in the last 80 to 90 years. Collaboration has been a mainstay during this entire time. But what social networking in general, and Oracle Social Networking in particular delivers, is the opportunity for sales teams to dramatically increase their effectiveness and efficiency – to identify and close more high quality and lucrative opportunities more quickly.   • Get Your Enterprise Working With Oracle On Track Communication 1.0

For this first blog post, I’ll be speaking to several notable points about our product. Graceful Escalation via Conversations: On Track addresses the “Collaboration Problem” through a single guiding principle – graceful escalation – within the construct of a Conversation. In On Track, collaboration is based on a context (called a “Conversation”) that gracefully escalates in form, structure, and content, as dictated by the particular needs of a given collaboration.  Within that context, On Track provides a rich set of tools to choose from.  These tools provide for communication, coordination, content management, organization, decision making, and analysis -- all essential aspects of collaboration, but not all of them are essential all of the time.  Every collaborative interaction will evolve differently.  Some will evolve to represent work spreading over the course of years and involving a large, distributed team, while others may involve few people and not evolve at all.  Regardless, all collaborative contexts are built from the same parts, utilize the same concepts, and start the same way.  The principle of graceful escalation is that you only use the tools and structure you need; so you only incur the complexity you need. Purposeful Collaboration: Through application integration, On Track Conversations bring enterprise application users the communication and collaboration capabilities required to complete business process.  By association with specific processes or business objects conversations extend the possible interactions and broaden participation to internal or external non-application users and provide a sophisticated interaction experience, all the while enhancing the data set within the owning application.  Purposeful collaboration not only needs to happen in the context of applications, it must support a full range of real-time and long-running interactions to provide the greatest value. Multi Client, Multi Modal: This On Track 1.0 product release includes the same day availability of  multiple clients, including iPhone and iPad applications which are now available on the Apple Store, a fully capable and accessible Outlook Add-In, along with our browser web client.  With each client we have sought to leverage the strengths of each unique device- our iPhone client supports picture and voice posts, the iPad is optimized for meeting room situations and document viewing, and our Outlook add-in allows you to take emails in context and bring them into On Track.  In addition to supporting a diverse array of clients, On Track provides a unified multi modal experience support starting with basic messages moving through to integrated documents with live annotations, snapshots, application sharing, and voice. Next Generation Web Architecture: We believe On Track will help move the bar higher for what users can expect from all web applications, most notably ones that involve real-time activity.  On Track is built from the ground up with an innovative, real-time architecture that leverages the extensive push capabilities of our server.  Whether you are receiving a new message, viewing where crowds of people are collaborating, or doing live annotation on a document with a set of people, that information comes to you immediately without refreshes or moving back and forth between pages.  We’ve leveraged this core architecture across the product experience and raised the user experience bar for this type of application.  As well these capabilities are based on open standards and protocols, and are fully extensible by anyone- enabling sophisticated integrations to be created with a wide variety of both legacy and next-generation applications. Agile Product Development: As a product team we operate using continuous feedback and modified agile development methodologies.  We have thousands of active internal Oracle users who have helped pilot our product for critical business functions, and the On Track product development team uses our product as our primary vehicle for all our collaboration.  Additionally we been working with early access customers who are adopting our technology and providing us valuable feedback - which our process has rapidly realized in improvements to our software.  On Track agility extends to our server as well, which is built to scale, and is very simple to install and configure.   • e-interview: SunSpace to WebCenter migration

    I had the pleasure to do an e-interview with Ana Neves around the SunSpace to WebCenter migration project.  Below is the english version of the interview.  Enjoy   Peter, you joined Oracle in 2009 through the acquisition of Sun. Becoming a part of Oracle meant many changes. The internal collaboration platform was one of them, as per a post you wrote back in 2011. Sun had SunSpace. How would you describe SunSpace? SunSpace was the internal Community and Social Collaboration platform for the Sun's Global Sales and Services Organization. SunSpace served around 600 communities with a main focus around technology, products and services. SunSpace was a big success. Within 3 months of its launch SunSpace had over 20,000 users and it won the Atlassian "Not just another wiki" Award for the best use of Confluence (https://blogs.oracle.com/peterreiser/entry/goodbye_sunspace_hello_webcenter). What made SunSpace so special? 1. People centric versus  Web centric The main concept of SunSpace put the person in the middle of everything. All relevant information, resources  etc. where dynamically pushed to a person's  myProfile ( Facebook like interface) based on the person's interest and  needs.  2. Ease to use  SunSpace was really easy to use. We spent a lot of time on social interaction design to optimize the user experience.  Also we integrated some sophisticated technology to hide complexity from the user. As example - when a user added a document to SunSpace - we analyzed the content of the document and suggested related metadata and tags to the user based on a sophisticated algorithm which was integrated with the corporate taxonomy. Based on this metadata the document was automatically shared with the relevant communities.  3. Easy to find One of the main use cases for SunSpace was that  a user could quickly find the content and information they needed for their job.  The search implementation was based on:  optimized search engine algorithm using social value based ranking enhancements community facilitated search optimization  faceted search which recommended highly relevant  content like products, communities and experts 4. Social Adoption  - How to build vibrant communities You can deploy the coolest social technology but what if the users are not using it?   To drive user adoption we implemented two  complementary models: 4.1 Community Methodology  We developed a set of best practices on how to create, run and sustain communities including: community structure and types (e.g. Community of Practice, Community of Interest etc.) & tips and tricks on how to build a "vibrant " communities, Community Health check etc.  These best practices where constantly tuned and updated by the community of community drivers. 4.2. Social Value System To drive user adoption there is ONE key  question you  have to answer for each individual user: What's In It For Me (WIIFM) We developed a Social Value System called Community Equity which measures the social value flow between People, Content and Metadata. Based on this technology we added "Gamfication" techniques (although at that time this term did not exist ) to SunSpace to honor people for the active contribution and participation.  As example: All  social credentials a user earned trough active community participation where dynamically displayed on her/his myProfile. How would you describe WebCenter? Oracle WebCenter (@oraclewebcenter) is the Oracle's  user engagement platform for social business. It helps people work together more efficiently through contextual collaboration tools that optimize connections between people, information, and applications and ensures users have access to the right information in the context of the business process in which they are engaged. Oracle WebCenter can help your organization deliver contextual and targeted Web experiences to users and enable employees to access information and applications through intuitive portals, composite applications, and mash-ups. How does it compare to SunSpace in terms of functionality? Before I answer this question, I would like to point out some limitation we started to see with the current SunSpace implementation. Due to the massive growth of the user population (>20,000 users), we experienced  performance and scalability challenges with the current technology. Also at the time - Sun Internal Communications and SunIT planned to replace the entire Sun Intranet with SunSpace. We  kicked-off a project to evaluate the enterprise level technology which eventually would replace the good old static Intranet.  And then Oracle acquired Sun. We already had defined the functional requirements for the Intranet replacement with a Social Enterprise Stack and we just needed to evaluate the functional requirements against WebCenter   Below are the summary of this evaluation  MyProfile SunSpace WebCenter How WebCenter Works Home MyProfile: to access, click on your name at the top of any WebCenter page Your name, title, and reporting line are displayed.  Sub-tabs show your activity stream (Activities); people in your network (Connections); files you have uploaded (Documents); your contact information (Organization); and any personal information you wish to share (About).   Files MyFiles Allows you to upload, download and store documents or wiki pages within folders and subfolders.  The WebDav interface allows you to download / upload files / folders with a simple drag and drop to / from your local machine.  Tagging is supported and recommended. Network HomeMyConnections Home: displays the activity stream of individuals in your network.MyConnections: shows individuals in your network.  Click on a person's name to see their contact info and link to their profile. Status Updates MyProfle > Activties Add and displays  your recent activties and status updates. Watches Preferences > Subscriptions > Current Subscriptions Receive email notifications when  pages / spaces you watch are modified. Drafts N/A WebCenter does not support Drafts Settings Preferences: to access, click on 'Preferences' at the top of any WebCenter page Set your general preferences, as well as your WebCenter messaging, search and mail settings. MyCommunities MySpaces: to access, click on 'Spaces' at the top of any WebCenter page Displays MySpaces (communities you are a member of); and Recent Spaces (communities you have recently visited). Community SunSpace Webcenter How Webcenter Works Home Home Displays a community introduction and activity stream.  Members can add messages, links or documents via the Community Message Board. No Top Contributors widget. People Members Lists members of the community. The Mail All Members feature allows moderators and participants to send a message to all members of the community. Membership Management can be found under > Manage > Members News News Members can post and access latest community news and they can subscribe to news using an RSS reader Documents Documents Allows community members to upload, download and store documents or wiki pages within folders and subfolders.  The WebDav interface allows participants to download / upload files / folders with a simple drag and drop to / from your local machine.  Tagging is supported and recommended. Wiki Wiki Allows community members to create and update web pages with a WYSIWYG editor.  Note: WebCenter does not support macros or portlet embedding. Forum Forum Post community forum topics. Contribute to community forum conversations.  N/A Calendar Update and/or view the Community Calendar. N/A Analytics Displays detailed analytics data (views,downloads, unique users etc.) for Pages, Wiki, Documents, and Forum in a given community space. What is the adoption of WebCenter at Oracle? The entire Intranet serving around 100,000 users  is running on WebCenter Content.  For professional communities we use WebCenter Portal and Spaces. Currently we have around 6,000 community spaces with  around 40,000 members.  Does Oracle have any metrics to assess usage and impact of WebCenter? Can you give us some examples? Sure -  we have a lot of metrics   For the Intranet we use traditional metrics like pageviews, monthly unique visitors and unique visits.  For Communities we use the WebCenter Portal/Spaces analytics service which gives as a wealth of data. The key metrics we track are: Space traffic (PageViews, Unique Users) Wiki,Documents (views, downloads etc.) Forum (users, views, posts etc.) Registered members over time  Depending on the community we can filter/segment the metrics by User Properties e.g. Country, Organization, Job Role etc. What are you doing to improve usage and impact? 1. We  integrating the WebCenter social services/fabric into all  main business applications. As example The Fusion CRM deployment is seamless integrated with Oracle Social Network (OSN) and all conversation around an opportunity or customer engagement is  done in OSN (see youtube video). 2. We drive Social Best Practice trough a program called "Social Networking & Business Collaboration (SNBC) program" You worked both with WebCenter and SunSpace. Knowing what you know today, if you had the chance to choose between the two, which one would you choose? Why? That's a tricky question   In the early days of  the Social Enterprise implementation (we started SunSpace in 2006), we needed an agile and easy to deploy technology to keep up with the users requirements. Sometimes we pushed two releases per day  and we were in a permanent perpetual beta mode - SunSpace was perfect for that.  After the social implementation matured over time - community generated content became business critical and we saw a change in the  requirements from agile to stability, scalability and reliability  of the infrastructure.  WebCenter is the right choice for such an enterprise-level deployment.  You are a WebCenter Evangelist at Oracle. What do you do as part of that role? Our  role is to help position Oracle as one of the key thought leaders and solutions provider for Social Business. In addition we drive social innovation trough our Oracle Appslab  team. Is that a full time role? Yes  How many other Evangelists are there in Oracle? We are currently 5 people in the WebCenter evangelist team (@webcentervoices): Christian Finn (@cfinn) leads the team - Christian came from the Microsoft Sharepoint product management team and is a recognized expert in Social Business and Enterprise Collaboration. Noël Jaffré  (@noeljaffre) is our Web Experience Management (WEM) guru and came to Oracle via FatWire acquisition (now WebCenter Sites). Jake Kuramoto (@theapplab) is part of the Oracle AppsLab innovation  team - Jake is well known as  the driving force behind  http://theappslab.com  a blog around social and innovation.  Noel Portugal (@noelportugal) is a developer in the Oracle AppsLab innovation team - he is the inventor of OraTweet - Oracle's internal tweeting platform  Peter Reiser (@peterreiser) is  a Social Business guru and the inventor of SunSpace and Community Equity.  What area of the business do you and the rest of the Evangelists sit in? What area of the organisation is responsible for WebCenter? We are part of the WebCenter product management  organization.  Is WebCenter part of the Knowledge Management strategy? Oracle WebCenter is the Oracle's user engagement platform for social business. It brings together the most complete portfolio of portal, web experience management, content, social and collaboration technologies into a single product suite and is the product foundation of the Oracle Knowledge Management strategy.  I am aware Oracle also uses Beehive internally. How would you describe Beehive? Oracle Beehive provides an integrated set of communication and collaboration services built on a single scalable, secure, enterprise-class platform Beehive is  internally used for enterprise wide mail, calendar and real collaboration (Web conferencing) services.  Are Beehive and WebCenter connected? Historically Beehive and WebCenter Portal & Content had some overlap in functionally. (Hey - if  a company has an acquisition strategy to strengthen its product offering and accelerate  innovation, it's pretty normal that functional overlap exists  :- )) A key objective of the WebCenter strategy is  to combine all social and collaboration offerings under the WebCenter product family. That means that certain Beehive components  will be integrated into the overall WebCenter product offering.  Are there any other internal collaboration tools at Oracle? Which ones There here are two other main social tools which are widely used at Oracle  Oracle Connect was the first social tool the Oracle AppsLab team created in 2007 - see (Jake's blog post for details). It is still extensively used. ... and as a former Sun guy I like this quote from the blog post:  "Traffic to Connect peaked right after the Sun merger in 2010, when it served several hundred thousand pageviews each month; since then, traffic has subsided, but still averages tens of thousands of pageviews to several thousand users each month." Oratweet - Oracle internal microblogging platform has been used since June 2008 and it is still growing.  It's entirely written in Oracle Application Express (APEX) which is a rapid web application development tool for the Oracle database. Wanna try it out? Here you can download the code.  What is Oracle's strategy regarding (all these) collaboration tools? Pretty straight forward. The strategy is to seamless  integrate the WebCenter social & collaboration services into all Business Applications to help customers to socialize their enterprise.

    Andrew Kershaw, Senior Director Oracle Social Network Product Development, speaks about Oracle Social Network One of our competitors is being very aggressive with its own developed Social Network add-on, but there should be no doubt in the minds that the Oracle social capabilities available with Fusion CRM stack up well against it. Within the Oracle Cloud, we have announced a product called Oracle Social Network. That technology is pre-integrated into Fusion Applications, enabling your customer to build a collaborative and social enterprise (without all the noise!). Oracle Social Network is designed together with our Fusion Applications. It is very conveniently pre-integrated with CRM, HCM, Financials, Projects, Supply Chain, and the Fusion family. But what's even better is that the individual teams can take a considered approach to what they are trying to achieve within the collaboration process and the outcome they are trying to enable. Then they can utilize the network and collaboration tools to support that result. And there's more! The Fusion teams can design social interactions that bridge across and outside their individual product lines because we have more than just a product line and they know they have the social network to connect them. I know we have a superior product, but it is our ability to understand and execute across the enterprise that will enable us to deliver a much more robust and capable platform in the short term than our competitor can. We have built a product specifically designed for enterprise social collaboration which is not the same for the competition. We have delivered a much more effective solution - one in which individuals can easily collaborate to get results, while being confident that they know who has access to their information. Our platform has been pre-built to cross the company boundaries and enable our customers to collaborate, not just with their customers, but with their partners and suppliers as well. So Fusion addresses the combination of the enterprise application suite with enterprise collaboration and social networking. Oracle Social Network already has a feature function advantage over our competitor's tool providing a real added value to the employees. Plus Oracle has the ability to execute in a broad enterprise and cross-enterprise way that our competitors cannot. We have the power of a tool that provides the core social fabric across all of the applications, as well as supporting enterprise collaboration. That allows us to provide intelligent business insight, connections, and recommendations that our competitor simply can't. From our competitors, customers get integration for Sales; they get integration for Service, but then they have to integrate every other enterprise asset that they have by themselves. With Oracle, we are doing the integration. Fusion Applications will be pre-integrated, and over time, all of the applications in the business suite, including our Applications Unlimited and specialist industry applications, will connect to the Oracle Social Network. I'm confident these capabilities make Oracle Social Network the only collaboration platform on which to deliver the social enterprise.

Steve then addressed the many applications for collaborative solutions in the area of Human Capital Management. So, in turning to a conversation about Customer Relationship Management (CRM) and Sales Force Automation (SFA), let me ask you one simple question. How many sales people, particularly at business-to-business companies, consistently meet or beat their quotas in their roles by working alone, with no collaboration among fellow sales people, sales executives, employees in product groups, in service, in Legal, third-party partners, etc.? Hello? Is anybody out there? What’s that cricket noise I hear? That’s correct. Nobody! When it comes to Sales, introverts arguably have a distinct disadvantage. While it’s certainly a truism that “success” in most professional endeavors requires working with people, it’s a mandatory success factor in Sales. This fact became abundantly clear to me one early morning in the late 1990s when I joined the former Hyperion Solutions (now part of Oracle) and attended a Sales Award Ceremony. The Head of Sales at that time gave out dozens of awards – none of them to individuals and all of them to TEAMS of individuals. That’s how it works in Sales. Your colleagues help provide you with product intelligence and competitive intelligence. They help you build the best presentations, pitches, and proposals. They help you develop the most killer RFPs. They align you with the best product people to ensure you’re matching the best products for the opportunity and join you in critical meetings. They help knock the socks of your prospects in “bake off” demo’s. They bring in the best partners to either add complementary products to your opportunity or help you implement a solution. They work with you as a collective team. And so how is all this collaboration STILL typically done today? Through email. And yet we all silently or not so silently grimace about email. It’s relatively siloed. It’s painful to search. It’s difficult to align by topic. And it’s nearly impossible to re-trace meaningful and helpful conversations that occurred among a group or a team at some point in history. This is where social networking for Sales comes into play. It’s about PURPOSEFUL social networking versus chattering. What is purposeful social networking? It’s collaboration that’s built around opportunities, accounts, and contacts. It’s collaboration that delivers valuable context – on the target company, and on key competitors – just to name two examples. It’s collaboration that can scale to provide coaching for larger numbers of sales representatives, both for general purposes, and as we’ve largely discussed here, for specific ‘deals.’ And it’s collaboration that allows a team of people to collectively edit and iterate on a document like an RFP or a soon-to-be killer presentation that is maintained in a central repository, with no time wasted searching for it or worrying about version control. But lest we get carried away, let’s remember that collaboration “happens” among sales people whether there is specialized software to support it or not. The human practice of sales has not changed much in the last 80 to 90 years. Collaboration has been a mainstay during this entire time. But what social networking in general, and Oracle Social Networking in particular delivers, is the opportunity for sales teams to dramatically increase their effectiveness and efficiency – to identify and close more high quality and lucrative opportunities more quickly.   • Gartner PCC Follow-up: Interview with Chaeny Emanavin, Usability Lead - Office of Information Develo

    Last week at the Gartner Portals, Content and Collaboration conference in Baltimore, Chaeny and I co-presented on Oracle Enterprise 2.0 and BIA's Citizen Portal. Chaeny's presentation about the BIA solution was very well received and I wanted to do a follow-up interview with Chaeny to discuss more details about their solution and its Enterprise 2.0 features. Ajay: What were the main objectives for the BIA Citizen Portal? Chaeny: The BIA Citizen Portal is designed to provide all the services of the Bureau of Indian Affairs to the community of 564 federally recognized tribes that include over 1.9 million American Indians and Alaska Natives. The BIA provides the same breadth of services that the entire U.S. Federal Government provides in one small Bureau. So, we needed a solution that was flexible enough to handle content ranging from law enforcement to housing to education. Key objectives for external users was to use the Web as a communications channel and keep them informed on what services are available. We also wanted to build an internal web presence and community for BIA's 5000 employees to ensure that they update their content, leverage internal experts and create single sources of truth for key policy documents. Ajay: How is the project being implemented? Chaeny: We are using a phased approach. In phases 1 & 2, interim internal and external sites were built to ensure usability and functional requirements are being met. In Phases 3 & 4, we built out a modern internal and external presence using Oracle WebCenter Suite and Oracle Universal Content Management (UCM), including enabling delegated content management for our internal business units. Phase 4 was completed in January 2010. Phase 5 will add deeper Enterprise 2.0 collaboration capabilities to the solution. Ajay: Are you integrating any existing sites into the new solution? Chaeny: Yes, we have a SharePoint implementation that we are using for document management. We needed more precise functionality however. We found that SharePoint would let individual administrators of a SharePoint site actually create new sites. In a 3 months span, we had over 200 new sites created and most were not being used. So, we had an enormous sprawl problem. Our requirements mandated increased governance and more granular control over the creation of sites and flexible user access to content. In SharePoint this required custom code and was very time-intensive which was unfeasible given our tight deadlines. We are piloting Oracle WebCenter Spaces as our collaboration solution to mitigate these issues. However, we must integrate our existing SharePoint investment which we can do easily by using the SharePoint connectors available in Oracle WebCenter and UCM. Ajay: What were the key design parameters for your solution? Chaeny: We wanted everything driven by standards and policies. We created a cross-functional steering group called the Indian Affairs Web Council to codify policies that were baked into the system. Other key design areas were focused on security/governance, self-service content management, ease of use, integration with legacy applications and seamless single sign-on. We are using Dublin Core as our metadata standard. We also are using Java, APEX, and ADF as our development standards. Ajay: Why was it important to standardize on a platform? Chaeny: We initially looked at best-of-breed solutions, but we faced a lot of issues getting the different solutions to work together. Going with an integrated solution was more economical, easier to learn and faster to deliver the solution. Ajay: What type of legacy applications are you integrating into the portal? Chaeny: Initially we are starting with administrative apps such as people directory and user admin and then we will integrate HR and Financial applications among others. Ajay: Can you describe some of the E20 collaboration features you are putting into the solution? Chaeny: We are adding Enterprise 2.0 using Oracle WebCenter Spaces to deliver different collaboration tools such as wikis, blogs and discussion forums. Wikis to create rapid, ad hoc monthly roll-up reports; discussion forums to provide context-specific help; blogs to capture tacit organization knowledge from experts, identify gurus and turn tacit knowledge into explicit knowledge. Ajay: Are you doing anything specifically to spur adoption and usage? Chaeny: Yes, we did several things that I think helped us ramp quickly. First, we met our commitments for the new system launch date and also provided extra resources for a customer support "hotline" during the launch period. Prior to launch, we did exhaustive usability studies to capture user requirements around functionality, navigation and other key interaction areas. We also created extensive training programs so that the content managers in each business unit were comfortable using the content management tools and knew the best practices for usage. Finally, to launch the Enterprise 2.0 collaboration capabilities, we are working with a pilot group from the Division of Forestry and Wildland Fire Management of BIA. This group of people in the past have been willing early adopters and they have a strong business need to collaborate with many agencies both internal and external across State, County and other Federal jurisdictions. Their feedback is key to helping us launch Enterprise 2.0 successfully in our broader organization. Ajay: What were the biggest benefits to internal BIA employees and to the external community of users? Chaeny: For our employees, the new Enterprise 2.0-based solution will make it easier to find information; enhance employee productivity by embedding standard business processes into the system and create more of a community by creating connections with experts via social collaboration to ultimately provide better services more quickly. For the external American Indian and Alaska Native communities, we have a better relationship with the users and the new site has improved BIA's perception as a more responsive and customer-centric organization.

  • New security configuration flag in UCM PS3

    While the recent Patch Set 3 (PS3) release was mostly focused on bug fixes and such, a new configuration flag was added for security. In 10gR3 and prior versions, UCM had a component called Collaboration Manager which allowed for project folders to be created and groups of users assigned as members to collaborate on documents. With this component came access control lists (ACL) for content and folders. Users could assign specific security rights on each and every document and folder within a project. And it was possible to enable these ACL's without having the Collaboration Manager component enabled. But it took some special instructions (see technote# 603148.1) and added some extraneous pieces still related to Collaboration Manager. When 11g came out, Collaboration Manager was no longer available. But the configuration settings to turn on ACLs were still there. Well, in PS3 they've been cleaned up a bit and a new configuration flag has been added to simply turn on the ACL fields and none of the other collaboration bits. To enable ACLs: UseEntitySecurity=true Along with this configuration flag to turn ACLs on, you also need to define which Security Groups will honor the ACL fields. If an ACL is applied to a content item with a Security Group outside this list, it will be ignored. SpecialAuthGroups=HumanResources,Legal,Marketing Save the settings and restart the instance. Upon restart, two new metadata fields will be created: xClbraUserList, xClbraAliasList. If you are using OracleTextSearch as the search indexer, be sure to run a Fast Rebuild on the collection. On the Check In, Search, and Update pages, values are added by simply typing in the value and getting a type-ahead list of possible values. Select the value, click Add and then set the level of access (Read, Write, Delete, or Admin). If all of the fields are blank, then it simply falls back to just Security Group and Account access. As for how they are stored in the metadata fields, each entry starts with it's identifier: ampersand (&) symbol for users, "at" (@) symbol for groups, and colon (:) for roles. Following that is the entity name. And at the end is the level of access in paranthesis. e.g. (RWDA). And each entry is separated by a comma. So if you were populating values through batch loader or an external source, the values would be defined this way.   • Does Microsoft offer a corporate IM/collaboration tool similar to Campfire? My googlefu skills appear to be failing me today.

    I mentioned to my boss that we should look into a single unified IM client that we could use and secure on a corporate level, and then suggested Campfire. We're a primarily Microsoft house so he suggested we use something that would better integrate with SharePoint and the other tools our end users use in house. However, I'm not aware of any Microsoft tool that does something like this. Obviously there is MSN Messenger but I think/hope he wasn't referring to that. Other than a product from 2005 I haven't been able to locate a Microsoft corporate IM tool...does anybody know what he may have been talking about?

  • Orchestrating the Virtual Enterprise, Part I

    A guest post by Jon Chorley, Oracle's Chief Sustainability Officer & Vice President, SCM Product Strategy During the American Industrial Revolution, the Ford Motor Company did it all. It turned raw materials into a showroom full of Model Ts. It owned a steel mill, a glass factory, and an automobile assembly line. The company was both self-sufficient and innovative and went on to become one of the largest and most profitable companies in the world. Nowadays, it's unusual for any business to follow this vertical integration model because its much harder to be best in class across such a wide a range of capabilities and services. Instead, businesses focus on their core competencies and outsource other business functions to specialized suppliers. They exchange vertical integration for collaboration. When done well, all parties benefit from this arrangement and the collaboration leads to the creation of an agile, lean and successful "virtual enterprise." Case in point: For Sun hardware, Oracle outsources most of its manufacturing and all of its logistics to third parties. These are vital activities, but ones where Oracle doesn't have a core competency, so we shift them to business partners who do. Within our enterprise, we always retain the core functions of product development, support, and most of the sales function, because that's what constitutes our core value to our customers. This is a perfect example of a virtual enterprise.  What are the implications of this? It means that we must exchange direct internal control for indirect external collaboration. This fundamentally changes the relative importance of different business processes, the boundaries of security and information sharing, and the relationship of the supply chain systems to the ERP. The challenge is that the systems required to support this virtual paradigm are still mired in "island enterprise" thinking. But help is at hand. Developments such as the Web, social networks, collaboration, and rules-based orchestration offer great potential to fundamentally re-architect supply chain systems to better support the virtual enterprise.  Supply Chain Management Systems in a Virtual Enterprise Historically enterprise software was constructed to automate the ERP - and then the supply chain systems extended the ERP. They were joined at the hip. In virtual enterprises, the supply chain system needs to be ERP agnostic, sitting above each of the ERPs that are distributed across the virtual enterprise - most of which are operating in other businesses. This is vital so that the supply chain system can manage the flow of material and the related information through the multiple enterprises. It has to have strong collaboration tools. It needs to be highly flexible. Users need to be able to see information that's coming from multiple sources and be able to react and respond to events across those sources.  Oracle Fusion Distributed Order Orchestration (DOO) is a perfect example of a supply chain system designed to operate in this virtual way. DOO embraces the idea that a company's fulfillment challenge is a distributed, multi-enterprise problem. It enables users to manage the process and the trading partners in a uniform way and deliver a consistent user experience while operating over a heterogeneous, virtual enterprise. This is a fundamental shift at the core of managing supply chains. It forces virtual enterprises to think architecturally about how best to construct their supply chain systems. (JPL) is one of India's premier media and communications groups with interests spanning print, advertising, event management, and mobile services for weather, cricket scores, and educational activities. It is a major media enterprise, with 300 locations across 15 states. Its impressive stable of print publications includes Dainik Jagran, the world’s most widely read daily newspaper––with a readership of over 55 million––the country’s leading afternoon dailies, and a range of popular local, bilingual, and English language newspapers. JPL was using multiple systems to manage its business processes. Users were resistant to using multiple passwords for various applications, preferring to continue their less efficient, legacy work practices. In addition, there was no single repository for sharing documents across the organization, such as company announcements or project documents. The company relied on e-mail to disseminate up-to-date company information, often missing employees. It was also time-consuming and difficult for managers to track the status of ongoing assignments or projects because collaboration and document sharing was inefficient and ineffective.With diverse businesses and many geographic locations, JPL needed to implement a centralized and user-friendly enterprise portal to improve document sharing and collaboration and increase business agility. The company implemented Oracle WebCenter Portal to create a dynamic, secure, and intuitive self-service enterprise portal to improve the user experience and increase operating efficiency. Collaboration between colleagues was limited to physical meetings, telephone discussions, and e-mail. It was difficult to trace and recover important project documents when a staff member resigned, which represented a significant risk to business continuity. Employees were also averse to multiple passwords and resisted using the systems, affecting staff productivity. With Oracle WebCenter Portal, JPL created a dynamic, secure, and intuitive self-service enterprise portal with business activity streams. The portal allowed users to navigate, discover, and access information, such as advertising rates, requisition approvals, ad-hoc queries, and employee surveys from a single entry point with a single password. Managers can also upload important documents, such as new pricing for advertisers or newspaper distributors, and share them through the information and instruction section in the portal. In addition, managers can now easily track and review timelines for projects online rather than gathering information from meetings and e-mails. Enables Mobility Access and Increases Business Agility Newspaper advertisements generate the majority of JPL’s revenue. With most sales staff on the move, the company needed to ensure timely approval of print advertisement discounts for specific clients and meet tight publication deadlines.  By integrating Oracle WebCenter Portal seamlessly with its enterprise resource planning (ERP) system and other applications, such as the organizational mass mailing system, business intelligence, and management information system, JPL embedded its approval workflow processes into the enterprise portal and provided users with an integrated and intuitive interface. About 30% of JPL’s sales staff members now have tablets and receive advertising discount approval from managers while in the field and no longer need to return to the office, which has significantly improved efficiency and increased business agility.“Application mobility was critical for sales representatives in the field to meet stringent auditing requirements for online accountability, particularly for our newspaper advertising business. Staff member satisfaction has improved significantly now that the sales team can use tablets to access the portal––a capability we will extend to smart phones in the second stage of the implementation,” Bhatia said. Accelerates Application Development by up to 4x and Cuts Costs by up to 60% With Oracle WebCenter Portal, users can easily create, modify, and upload information to their personalized webpages without IT assistance. By seamlessly integrating Oracle WebCenter Portal with the payroll database, managers can decide which members of their team can access the page and with whom they will share information, a decision based on role or geographical location. A sales representative selling advertising space for a local language daily newspaper, for example, can upload an updated advertising rate relevant only to that particular publication. Users can also easily adapt to the new platform, thanks to its intuitive design and look, reducing the need for training and lowering resistance to using the system.Using Oracle WebCenter Portal’s out-of-the-box reusable components, such as portal pages and templates, provided JPL’s developers with a comprehensive and flexible user experience platform and increased the speed of application development. In less than five months, JPL developed more than 55 workflows. The IT team accelerated deployment of new applications by up to 4x, as they do not need to install them on individual machines now that they have a web-based environment.   “Previously, we would have spent a whole day deploying a new application for each department or location. JPL chose Oracle WebCenter Portal to ensure no compatibility issues for integration with its existing Oracle products and to take advantage of the experience and support of a reputable vendor to ensure business continuity. “We chose Oracle because we knew we could rely on its support and experience. In addition, Oracle WebCenter Portal’s speed, agility, and mobile access features were a perfect fit for our business requirements,” Bhatia said. Implementation Process JPL launched the enterprise portal to 500 users in the first phase of the project, and plans to extend this to 2,000 users when the portal is fully launched. Oracle partner PricewaterhouseCoopers used Oracle Application Development Framework for the intial set-up, user training and to develop and design sample workflows.   • Enterprise 2.0 Conference recap

    We had a great week in Boston attending the Enterprise 2.0 Conference. We learned a lot from industry thought leaders and had a chance to speak with a lot of different folks about social and collaboration technologies and trends.  Of all the conferences we attend, this one definitely has a different “feel”. It seems like the attendees are younger, they dress hipper, and there is much more livelihood all around. A few of the sessions addressed this, as the "millenials" or Generation Y, have been using Web 2.0 tools, such as Facebook and Twitter for many years now, and as they are entering the workforce they are expecting similar tools to be a part of how they accomplish their job tasks. It's important to note that it's not just Millenials that are expecting these technologies, as workers young and old alike benefit from social and collaboration tools. I’ve highlighted some of the takeaways I had, as well as a reaction from John Brunswick, who helped us in staffing the booth. Giving your employees choices is empowering, but if there is no course of action or plan, it’s useless. There is no such thing as collaboration without a goal. In a few years, social will become a feature in the “platform”, a component of collaboration. Social will become part of the norm – just like email is expected when you start a job at a company, Social will be too. 1 in 3 of your employees are using tools your company doesn't sanction (how scary is this?!) 25,000 pieces of content are created every second. Context is king. Social tools help us navigate and manage the complexities we face with information overload. We need to design products for the way people work. Consumerization of the enterprise - bringing social tools like Facebook to the organization. From John Brunswick: "The conference had solid attendance, standing as a testament to organizations making a concerted effort to understand what social tools exist to support their businesses.  Many vendors were narrowly focused and people we pleasantly surprised at the breadth of capability provided by Oracle WebCenter.  People seemed to feel that it just made sense that social technology provides the most benefit when presented in the context of key business data."   • A BYOD World in Mobile Enterprise Brings the Need to Adapt

    Yesterday brought a lot of news coverage that Cisco has stopped funding and planning its Cius enterprise-grade tablet.  Citing “market transitions” in which an increasing number of people b ring their own smartphones and tablets to work, Cisco General Manager OJ Winge said in a post on the company's official blog that “Cisco will no longer invest in the Cisco Cius tablet form factor, and no further enhancements will be made to the current Cius endpoint beyond what’s available today.”  Employees are “bringing their preferences to work” and collaboration “has to happen beyond a walled garden,” he said.The blog post also cited a recently released Cisco study which found that 95% of organizations surveyed allow employee-owned devices in some way, shape or form in the office, and, 36% of surveyed enterprises provide full support for employee-owned devices.   How is Cisco planning to move forward to adapt to this changing business environment?  Instead of focusing on tablets for enterprise customers, Cisco will instead "double down" on software that works across a variety of operating systems and smart phones and tablets, Winge said.See the post from the Cisco blog here - http://blogs.cisco.com/collaboration/empowering-choice-in-collaboration/ We at Gizmox recognize this need to adapt to the changing environment.  Our Enterprise Mobile solution is designed and built for that post-PC, BYOD business world.  We recognized the importance of providing a cross-platform solution that can easily target different devices and operating systems.
