  • Using the RSSBus Salesforce Excel Add-In From Excel Macros (VBA)

    The RSSBus Salesforce Excel Add-In makes it easy to retrieve and update data from Salesforce from within Microsoft Excel. In addition to the built-in wizards that make data manipulation possible without code, the full functionality of the RSSBus Excel Add-Ins is available programmatically with Excel Macros (VBA) and Excel Functions. This article shows how to write an Excel macro that can be used to perform bulk inserts into Salesforce. Although this article uses the Salesforce Excel Add-In as an example, the same process can be applied to any of the Excel Add-Ins available on our website. Step 1: Download and install the RSSBus Excel Add-In available on our website. Step 2: Open Excel and create place holder cells for the connection details that are needed from the macro. In this article, a spreadsheet will be created for batch inserts, and these cells will store the connection details, and will be used to report the job Id, the batch Id, and the batch status. Step 3: Switch to the Developer tab in Excel. Add a new button on the spreadsheet, and create a new macro associated with it. This macro will contain the code needed to insert a batch of rows into Salesforce. Step 4: Add a reference to the Excel Add-In by selecting Tools --> References --> RSSBus Excel Add-In. The macro functions of the Excel Add-In will be available once the reference has been added. The following code shows how to call a Stored Procedure. In this example, a job is created to insert Leads by calling the CreateJob stored procedure. CreateJob returns a jobId that can be used to upload a large number of Leads in one transaction.   • A quick look at: sys.dm_os_buffer_descriptors

    SQL Server places data into cache as it reads it from disk so as to speed up future queries. This dmv lets you see how much data is cached at any given time and knowing how this changes over time can help you ensure your servers run smoothly and are adequately resourced to run your systems. This dmv gives the number of cached pages in the buffer pool along with the database id that they relate to: USE [tempdb] GO SELECT COUNT(*) AS cached_pages_count , CASE database_id WHEN 32767 THEN 'ResourceDb' ELSE DB_NAME(database_id) END AS Database_name FROM sys.dm_os_buffer_descriptors GROUP BY DB_NAME(database_id) , database_id ORDER BY cached_pages_count DESC; This gives you results which are quite useful, but if you add a new column with the code: …to convert the pages value to show a MB value then they become more relevant and meaningful. To see how your server reacts to queries, start up SSMS and connect to a test server and database – mine is called AdventureWorks2008. Make sure you start from a know position by running: -- Only run this on a test server otherwise your production server's-- performance may drop off a cliff and your phone will start ringing. DBCC DROPCLEANBUFFERS GO Now we can run a query that would normally turn a DBA’s hair white: USE [AdventureWorks2008] go SELECT * FROM [Sales].[SalesOrderDetail] AS sod INNER JOIN [Sales].[SalesOrderHeader] AS soh ON [sod].[SalesOrderID] = [soh].[SalesOrderID] …and then check our cache situation: A nice low figure – not! Almost 2000 pages of data in cache equating to approximately 15MB. Luckily these tables are quite narrow; if this had been on a table with more columns then this could be even more dramatic. So, let’s make our query more efficient. After resetting the cache with the DROPCLEANBUFFERS and FREEPROCCACHE code above, we’ll only select the columns we want and implement a WHERE predicate to limit the rows to a specific customer. SELECT [sod].[OrderQty] , [sod].[ProductID] , [soh].[OrderDate] , [soh].[CustomerID] FROM [Sales].[SalesOrderDetail] AS sod INNER JOIN [Sales].[SalesOrderHeader] AS soh ON [sod].[SalesOrderID] = [soh].[SalesOrderID] WHERE [soh].[CustomerID] = 29722 …and check our effect cache: Now that is more sympathetic to our server and the other systems sharing its resources. I can hear you asking: “What has this got to do with logging, Jonathan?” Well, a smart DBA will keep an eye on this metric on their servers so they know how their hardware is coping and be ready to investigate anomalies so that no ‘disruptive’ code starts to unsettle things. Capturing this information over a period of time can lead you to build a picture of how a database relies on the cache and how it interacts with other databases. This might allow you to decide on appropriate schedules for over night jobs or otherwise balance the work of your server. You could schedule this job to run with a SQL Agent job and store the data in your DBA’s database by creating a table with: IF OBJECT_ID('CachedPages') IS NOT NULL DROP TABLE CachedPages CREATE TABLE CachedPages ( cached_pages_count INT , MB INT , Database_Name VARCHAR(256) , CollectedOn DATETIME DEFAULT GETDATE() ) …and then filling it with: INSERT INTO [dbo].[CachedPages] ( [cached_pages_count] , [MB] , [Database_Name] ) SELECT COUNT(*) AS cached_pages_count , ( COUNT(*) * 8.0 ) / 1024 AS MB , CASE database_id WHEN 32767 THEN 'ResourceDb' ELSE DB_NAME(database_id) END AS Database_name FROM sys.dm_os_buffer_descriptors GROUP BY database_id After this has been left logging your system metrics for a while you can easily see how your databases use the cache over time and may see some spikes that warrant your attention. This sort of logging can be applied to all sorts of server statistics so that you can gather information that will give you baseline data on how your servers are performing. This means that when you get a problem you can see what statistics are out of their normal range and target you efforts to resolve the issue more rapidly.

  • MEB Support to NetBackup MMS

    In MySQL Enterprise Backup 3.6, new option was introduced to support backup to tapes via SBT interface. SBT stands for System Backup to Tape, an Oracle API that helps to perform backup and restore jobs via media management software such as Oracle's Secure Backup (OSB). There are other storage managers like IBM's Tivoli Storage Manager (TSM) and Symantec's Netbackup (NB) which are also supported by MEB but we don't guarantee that it will function as expected for every release. MEB supports SBT API version 2.0 In this blog, I am primarily going to focus the interface of MEB and Symantec's NB. If we are using tapes for backup, ensure that tape library and tape drives are compatible. Test Setup 1. Install NB 7.5 master and media servers in Linux OS. ( NB 7.1 can also be used but for testing purpose I used NB 7.5)2. Install MEB 3.8 also in Linux OS.3. Install NB admin console in your windows desktop and configure the NB master server from there. Note: Ensure that you have root user permission to install NetBackup. Configuration Steps for MEB and NB Once MEB and NB are installed, Ensure that NB is linked to MEB by specifying the library /usr/openv/netbackup/bin/libobk.so64 in the mysqlbackup command line using --sbt-lib-path. Configure the NB master server from windows console. That is configure the storage units by specifying the Storage unit name, Disk type, Media Server name etc.  Create NetBackup policies that are user selectable. But please make sure that policy type is "Oracle".  Define the clients where MEB will be executed. Some times this will be different host where MEB is run or some times in same Media server where NB and tapes are attached. Now once the installation and configuration steps are performed for MEB and NB, the next part is the actual execution.MEB should be run as single file backup using --backup-image option with prefix sbt:(it is a tag which tells MEB that it should stream the backup image through the SBT interface) which is sent to NB client via SBT interface . The resulting backup image is stored where NB stores the images that it backs up. The following diagram shows how MEB interacts with MMS through SBT interface. Backup The following parameters should also be ready for the execution,    --sbt-lib-path : Path to SBT library specific to NetBackup MMS. SBT lib for NetBackup  is in /usr/openv/netbackup/bin/libobk.so64    --sbt-environment: Environment variables must be defined specific to NetBackup. In our example below, we use     NB_ORA_SERV=myserver.com,    NB_ORA_CLIENT=myserver.com,    NB_ORA_POLICY=NBU-MEB    ORACLE_HOME = /export/home2/tmp/hema/mysql-server/ ---------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- ./mysqlbackup --port=13000 --protocol=tcp --user=root --backup-image=sbt:bkpsbtNB --sbt-lib-path=/usr/openv/netbackup/bin/libobk.so64 --sbt-environment="NB_ORA_SERV=myserver.com, NB_ORA_CLIENT=myserver.com, NB_ORA_POLICY=NBU-MEB, ORACLE_HOME=/export/home2/tmp/hema/mysql-server/” --backup-dir=/export/home2/tmp/hema/MEB_bkdir/ backup-to-image ----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- Once backup is completed successfully, this should appear in Activity Monitor in NetBackup Console.For restore,  image contents has to be extracted using image-to-backup-dir command and then apply-log and copy-back steps are applied. ----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- ./mysqlbackup --sbt-lib-path=/usr/openv/netbackup/bin/libobk.so64  --backup-dir=/export/home2/tmp/hema/NBMEB/ --backup-image=sbt:bkpsbtNB image-to-backup-dir-----------------------------------------------------------------------------------------------------------------------------------Now apply logs as usual, shutdown the server and perform restore, restart the server and check the data contents. ./mysqlbackup   ---backup-dir=/export/home2/tmp/hema/NBMEB/  apply-log ./mysqlbackup --datadir=/export/home2/tmp/hema/mysql-server/mysql-5.5-meb-repo/mysql-test/var/mysqld.1/data/  --backup-dir=/export/home2/tmp/hema/MEB_bkpdir/ innodb_log_files_in_group=2 --innodb_log_file_size=5M --user=root --port=13000 --protocol=tcp copy-back The NB console should show 'Restore" job as done. If you don't see that there is something wrong with MEB or NetBackup.You can also refer to more detailed steps of MEB and NB integration in whitepaper here

  • Cox Communications' Strategic Approach to Enterprise User Experience: How Change Management and Usab

    Author: Anna Wichansky, Senior Director, Applications User Experience, and Chair, Oracle Usability Advisory Board As part of our work in the User Experience group, our teams often go to Customer events such as the Higher Education User Group (HEUG) conference, Alliance 2010. This year's event was held in San Antonio, Texas, and was attended by hundreds of higher education, government, and public sector users of Oracle applications. The User Assistance team used this opportunity to reach out to customers in the Educational and Government sectors to better understand how their organizations are currently approaching help, messages, and other forms of user assistance. What is User Assistance? For us, user assistance is more than the old books of users' manuals and documentation. User assistance is anything that helps users get their jobs done quickly and efficiently. Instead of expecting users to stop and look through a guide or manual, we have been developing solutions that are embedded within the interface. We know that when people are having difficulty with a task, they want to be able to search efficiently for solutions and collaborate with coworkers. We know that they want to find their answers right there, right then, so that they can get on with their work. In our interviews at Alliance, we wanted to learn what the participants could tell us about what was happening on their campuses and in their institutions. Figure 1. For Oracle User Assistance, it's not just about books any more. So what did we do? Off to Texas, we recruited 10 people from nine different government and education organizations to come to our Oracle User Experience Onsite Usability Labs. We conducted one-hour interviews with these folks and asked them all about User Assistance--what people are doing, what they would like to do, what technologies they are using, what they would like to use, and ultimately what should we as a company be planning for our future products. We used this as an opportunity also to show them some of our design concepts for Fusion User Assistance, our next generation of user assistance based on the best of our user assistance in other products. Figure 2. Interviewing a technical user at Alliance. What we learned... People are not using paper or online manuals anymore. They don't want to see a manual that is written for technical users and that doesn't make sense to the ordinary end user. They really don't want to have to flip through a manual trying to find an answer to their question. Even when the answer might be tailored to their organization, they don't want to dig through documentation. When they need an answer now, they don't have the patience to dig for something that might or might not be clearly written. What does it mean to an organization when users don't want to deal with documentation? In many cases, it means that frustrated users make phone calls to try to find the answers that they need immediately. Phone calls are expensive to an organization and frustrating to the technical support staff who have provided documentation that no one wants to read anymore. If they don't call, they email for help often, and many users are asking for the same information. The bottom line is that if they could get that help immediately in the interface, they wouldn't have to make those calls or send those emails -- and that saves time and money. Our Fusion User Assistance options to customize help and get help for the task immediately were seen as an opportunity by these technical users to build the solutions that their users need and want. We saw three-pound cinnamon rolls that you down with tea sweet enough to curl your hair. Deep in the heart of Texas, we learned a lot, and we ate even more.

  • A (Late) Meme Monday Post: On SQLFamily

      Yesterday a member of the SQL community who I deeply admire sent me a DM on Twitter asking whether I had done a SQLFamily post for Thomas LaRock’s (blog|@SQLRockstar) Meme Monday for November. I replied that I did not, and I regretted not having done so. A subtle DM followed my response: “Get on it, you have all week”. And indeed I must. So here’s an attempt to express some of my feelings on a community that has catapulted my career like nothing else before I embraced it. Nanos Gigantium Humeris Insidentes I stand on the shoulders of giants. My SQLFamily has given me support at all levels. Professionally and personally. There is never a lack of will to help and provide advice to others in this community. And I do my best to help. On #SQLHelp on Twitter, via email, or even on the phone. I expect no retribution, because I know that when and if I do run into problems, my SQLFamily will be there for me. I have met some of the most humble, dedicated and most professional people in the SQL community. And some of them have pretty big titles: MVPs, MCMs, Regional Mentors, and even leaders of PASS, SQLCAT members, and even PMs and Devs on the SQL Server team. All are welcome, and that includes YOU! I have also met some people that are rather reserved and don’t participate as much in the community, for whatever reason. Be as it may, let it be know to all that we are a very welcoming community – heck, some of my closest friends and people I can count on in the community have completely opposite political views. We share one goal: to get better and help others get better. Even if you are a lurker – my hope is that one day you’ll decide to give back some of what you have learned. You have to take it to the next level On one of my previous jobs as an IT Supervisor I used to tell my team all the time about the benefits of continuous education and self-driven learning. Shortly after I left that job, the company went bankrupt and some of my staff got laid off – some without any severance pay whatsoever. I eventually found out that some of them had a really hard time finding another job, because their skills were simply outdated. They had become stale professionals. Don’t be one of them. If you don’t take advantage of these learning resources, somebody else will – and that person has an advantage over you when applying for that awesome job position that got opened. There’s a severe shortage of good DBAs and DB Devs out there. What’s your excuse for not being excellent? Even if your knowledge of SQL Server is at the beginner level, really – you have no excuse to get better. Just go to SQLUniversity and learn from there. Don’t get stale! Ron Johnson, CEO JCPenney Take me through your merchandising. One of the things I learned from Steve [Jobs]—Steve said three times in his life he had the chance to be part of the change of an interface. If you change the interface, you can dramatically change the entire experience of the product. For Steve, that was the mouse, the scroll wheel on the iPod, and then the [touch]screen. What we’re trying to do here is change the interface of retail. What we call that is the street, and you’re standing in the middle of it. When you walk into a store today, you’re overwhelmed by merchandise. There is a narrow aisle. Typically, it’s filled with product on tables and you’re overwhelmed with the noise of signs and promotions. Especially in the age of the Internet, the idea of going to a very large store and having so much abundance is actually not very appealing. The first thing you find here is you’re inspired. I have used the mannequins. The street is actually this new navigation path for a retail store. So if you come in here—you’ll notice that these aisles are 14 feet wide. These are wider than Nordstrom’s (JWN). Slide show of JCPenney store. Walter Robb, co-CEO Whole Foods What did you learn from the recent recession about selling groceries?It was a lot of humble pie, because our sales experienced a drop that I have never seen in 32 years of retail. Customers left us in droves. We also learned that there were some very loyal customers who loved Whole Foods (WFM), people who said, “I like what you stand for. I like coming here. I like this experience.” That was very affirming. I think the realization was that we’ve got some customers, and we need to make sure we know who they are. So instead of chasing every customer out there, we started doing customer discussion groups. We were growing for growth’s sake, which is not a good strategy. We were chasing the rainbow. We cut the growth in half overnight and said, “All right, slow down. Let’s make sure we’re doing this better and more thoroughly and more thoughtfully.” This company is a mission-based company. This company started to change the world by bringing healthier food to the world. It’s not about the money, it’s about the impact, and this company is back on track as a result of those experiences. Macy’s (M) came to campus to interview for their training program, and I thought, “Let me give it a try.” I got the job and fell in love with the industry. The president of Macy’s at the time said, “If you don’t wake up every morning dying to go to work, then retailing is not for you; it has to be in your blood.” It was in my blood. I love the fact that every day is different. You can get to be creative one day, financial the next day, marketing the next. I love going to stores. I love talking to associates. I love talking to clients. There’s not a predictable day.

    Any help on getting the sound to come through my lenovo t60 build in speakers, headphones, or mic would greatly be appreciated. The three buttons to increase, decrease sound seem to work. Bios has sound card enabled and the buttons beep when pressed. When going to Utube or playing music, no sound is heard. Thanks Nate Feb 23 - Didn't see anything specific in the sys logs with Rhythmbox when connecting my ipod. Rhythmbox is playing, but still no sound. Here is the syslog details for today.   • Internships at Oracle &ndash; a truly multicultural experience!

    Hello everybody!!! Our names are Lena and Laura, we both study in the same Grande Ecole in France, IPAG and we are about to complete our 16 week-internship in Oracle in the UK. Below a summary of our experience! My name is Lena. I am 20 years old and joined Oracle UK in September 2010 – more specifically, I joined the EMEA Graduate's Recruitment Team (EMEA stands for Europe, Middle East and Africa), and I have learned a lot about working life. It was a really good experience, which made me realize that I soon will be looking for a fulltime employee in a company in less than 3 years. I am glad to have had this first experience in Oracle. First of all because it's a very welcoming company which treats interns as employees and gives them the opportunity to show their potential. I also discovered that it is nice to work in a company where everybody knows everybody, and where the atmosphere is really good. The multicultural aspect is one of the most important and beautiful elements of Oracle. It gives you the opportunity to have contacts in many parts of the world and discover a lot of nice people. During my internship I learned a lot about Recruitment. I discovered I want to work in a Human Resources role after I graduate. I like the contact I will have with candidates and the fact that I have to be in touch with managers and understand their needs. I would be glad to work for the company in the near future. I would like to thank all my team members for welcoming me like they did. It was a real pleasure to share this experience in Oracle and in this team and I hope to return after I graduate.   Hi all! My wish for this internship was to focus on training of personal skills for employees and, by the same time of course, for the company’s development.... and I did it in the OTD team (EMEA Organization Talent Development Team). I could not have done something better than this! It was truly instructive. I learnt how to work in such a big international company, the values and the rules to follow and to interact and be part of the organisation. In Oracle, there are so different aspects of every department, so many possibilities in HR as well as in Finance or Sales... The jobs are very various and the employees’ cultures are also really different thanks to this international and multicultural company. I am working with OTD for the entire EMEA region, having many of my colleagues in other countries, with other cultures, other ways to work, and other ways to think... this is so inspiring!     A guest post by Hernan Capdevila, Vice President, Oracle Fusion Apps Mobile devices are forcing a paradigm shift in the workplace – they’re changing the way businesses can do business and the type of cultures they can nurture. As our customers talk about their mobile needs, we hear them saying they want instant-on access to enterprise data so workers can be more effective at their jobs anywhere, anytime. They also are interested in being more cost effective from an IT point of view. The mobile revolution – with the idea of BYOD (bring your own device) – has added an interesting dynamic because previously IT was driving the employee device strategy and ecosystem. That's been turned on its head with the consumerization of IT. Now employees are figuring out how to use their personal devices for work purposes and IT has to figure out how to adapt. Blurring the Lines between Work and Personal Life My vision of where businesses will be five years from now is that our work lives and personal lives will be more interwoven together. In turn, enterprises will have to determine how to make employees’ work lives fit more into the fabric of their personal lives. And personal devices like smartphones are going to drive significant business value because they let us accomplish things very incrementally. I can be sitting on a train or in a taxi and be productive. At the end of any meeting, I can capture ideas and tasks or follow up with people in real time. Mobile devices enable this notion of seizing the moment – capitalizing on opportunities that might otherwise have slipped away because we're not connected. For the industry shapers out there, this is game changing. The lean and agile workforce is definitely the future. This notion of the board sitting down with the executive team to lay out strategic objectives for a three- to five-year plan, bringing in HR to determine how they're going to staff the strategic activities, kicking off the execution, and then revisiting the plan in three to five years to create another three- to five-year plan is yesterday's model. Businesses that continue to approach innovating in that way are in the dinosaur age. Today it's about incremental planning and incremental execution, which requires a lot of cohesion and synthesis within the workforce. There needs to be this interweaving notion within the workforce about how ideas cascade down, how people engage, how they stay connected, and how insights are shared. How to Survive and Thrive in Today’s Marketplace The notion of Facebook isn’t new. We lived it pre-Internet days with America Online and Prodigy – Facebook is just the renaissance of these services in a more viral and pervasive way. And given the trajectory of the consumerization of IT with people bringing their personal tooling to work, the enterprise has no option but to adapt. The sooner that businesses realize this from a top-down point of view the sooner that they will be able to really drive significant innovation and adapt to the marketplace. There are a small number of companies right now (I think it's closer to 20% rather than 80%, but the number is expanding) that are able to really innovate in this incremental marketplace. So from a competitive point of view, there's no choice but to be social and stay connected. By far the majority of users on Facebook and LinkedIn are mobile users – people on iPhones, smartphones, Android phones, and tablets. It's not the couch people, right? It's the on-the-go people – those people at the coffee shops. Usually when you're sitting at your desk on a big desktop computer, typically you have better things to do than to be on Facebook. This is a topic I'm extremely passionate about because I think mobile devices are game changing. Mobility delivers significant value to businesses – it also brings dramatic simplification from a functional point of view and transforms our work life experience.     I think I have finally gotten back my faith in social media. If you are following my blog I am sure you are aware of my views on social media – SQLAuthority News – Social Media Confusion – Twitter, FaceBook, LinkedIn and Me. I was not happy about how social media was evolving. Whenever I go to Twitter, LinkedIn or Facebook, I noticed the same updates everywhere. I just thought I was wasting my time doing the same thing everywhere. I strongly believe that there is no dictator on internet. Nobody has authority over others, everybody can express their ideas as long as it is not violating others privacy and it is not morally wrong. I have decided that instead of trying to improve the world, I should change myself and adjust my needs. Here are few things I have done to relieve my social media confusion. Twitter I un-followed people who were taking up my time with too many updates. I un-followed people who hardly updated at all. I did not follow anybody else’s list, as I have no control over who other people follow. I follow not only serious SQL people but some fun stuff as well. I removed all my friends who were on Facebook and repeating the same updates on Twitter. I engage with them on Facebook. I followed people who are very conversational on Twitter. I let anybody follow me. I update all my blog posts through at least five tweets online. I decided to re-tweet at least five of my favorite tweets of the day, this way I force myself to remain active in the community. Follow me on Twitter! LinkedIn I updated my career and professional info on LinkedIn. I keep my LinkedIn profile updated with my latest jobs and career news. I let anybody connect with me on LinkedIn. I specify my email address in my profile, keeping it easy for those who want to add me. I read all the profile related updates of my connections – it is very valuable to know who is where and what changes are happening. I do not add my personal tweets or comments in LinkedIn profile. I just keep it professional. Link with me at LinkedIn Facebook I use Facebook only for personal friends. I visit all of my friends at regular intervals and make sure that they are really my friends. I often remove my friends from my Twitter list who are sending duplicate updates. I upload my family photos as well as family updates on Facebook, making sure that only my approved friends are able to read my updates. I keep my Facebook very personal and I often chat with my friends on Facebook chat. I am no longer confused about social media and I think I am using it appropriately. As I said, one cannot decide for others how to use social media, you can only decide for yourself. I have finally found my peace with social media.   • Oracle Tutor: XPDL conversion (and why you should care)

    You may have noticed that the Oracle Business Process Converter feature in Tutor 14 supports "XPDL" conversion to Oracle Business Process Analysis Suite (BPA), Oracle Business Process Management Suite (BPM), and Oracle Tutor, and you may have briefly wondered "what is XPDL?" before you moved on to the Visio import feature (a very popular feature in Tutor 14). This posting is for those who do not yet understand (or care) about XPDL and process modeling. Many of us (and I'm including myself) have spent years working in the process definition arena: we've written procedures, designed systems and software to help others write procedures, and have been responsible for embedding policies and procedures into training material for employees. We've worked with tools such as Oracle Tutor, Microsoft Visio, Microsoft Word, and UPK. Most of us have never worked with "modeling tools" before, and we certainly never had to understand BPMN. It's a brave new world in this arena, and companies desperately need people with policy and procedural system expertise to be able to work with system analysts so there is a seamless transfer of knowledge from IT to employees. When working with applications, a picture is worth a thousand words, so eventually you're going to need to understand and be able to work with business process models. XPDL is an acronym for XML Process Definition Language, and it is an interchange format for business process models. It allows you to take a BPMN model that was developed in one workflow application such as BizAgi and import it into another workflow application or a true BPMN management system such as Oracle BPM. Specifically, the XPDL format contains the graphical information of a model as well as any executable information. By using a common format, models can be moved from a basic modeling application used by business owners to applications used by system architects. Over 80 applications support the XPDL format, including MetaStorm ProVision, BEA ALBPM, BizAgi, and Tibco. I mention these applications because we have provided XSLT mapping files specifically for these vendors. Oracle Business Process Converter was designed with user extensibility in mind, and thus users can add their own XML files so that additional XPDL models from other vendors can be converted to BPM, BPA, and Oracle Tutor. Instructions on how to add your own files can be found in Appendix 4 of the Oracle Business Converter manual. Let's take a visual look at how this works. Here is an example of a model devloped in BizAgi: This model can be created by the average business user without a large learning curve, and it's a good start for the system analyst who will be adding web services as well as for the business manager who manages the process described in the model. By exporting this model as XPDL, the information can be converted into Oracle BPA and Oracle BPM as well as converted to Oracle Tutor to become the framework for a procedure. Through this conversion feature, one graphic illustration of a business process can be used by a system analyst, business analyst, business manager, and employee, as seen below. Model Converted to Tutor Procedure Below is the task section of the procedure after conversion from an XPDL file. Model converted to BPA Model converted to BPM End users still want step by step instructions on how to perform their jobs, so procedures (Oracle Tutor) and application simulations (UPK) are still a critical piece of the solution. But IT professionals need graphic descriptions of how the applications work, regardless of whether there are any tasks involving humans. Now there is a way to convert procedures (Oracle Tutor docx files) and basic models (XPDL files) so that business managers and system analysts can share process information.   • Expanding the Partner Ecosystem with Third-Party Plug-ins

    Oracle Enterprise Manager’s extensibility capabilities are designed to allow customers and partners to adapt Enterprise Manager for management of heterogeneous environments with Plug-ins and Connectors.  Third-party developers continue to take advantage of Oracle Enterprise Manager’s Extensibility Development Kit (EDK) to build plug-ins to Enterprise Manager 12c, such as F5’s BIG IP Plug-in and Entuity’s Eye of the Storm Network Management Plug-In.  Partners can also validate their plug-ins through the Oracle Validated Integration (OVI) program, which assures customers that the plug-in has been tested and is functionally and technically sound, is designed in a reliable and standardized manner, and operates and performs as documented.   Two very recent examples of partners which have beta versions of their plug-ins are Blue Medora's VMware vSphere plug-in and the NetApp Storage plug-in.  VMware vSphere Plug-in by Blue Medora Blue Medora, an Oracle Partner Network (OPN) “Gold” member, which just announced that it is now signing up customers to try a beta version of their new VMware vSphere plug-in for Enterprise Manager 12c.  According to Blue Medora, the vSphere plug-in monitors critical VMware metrics (CPU, Memory, Disk, Network, etc) at the Host, VM, Cluster and Resource Pool levels.  It has minimal performance impact via an “agentless” approach that requires no installation directly on VMware servers.  It has discovery capabilities for VMware Datacenters, ESX Hosts, Clusters, Virtual Machines, and Datastores.  It offers integration of native VMware Events into Enterprise Manager, and it provides over 300 VMware-related health, availability, performance, and configuration metrics.  It comes with more than 30 out-of-the-box pre-defined thresholds and can manage VMware via a series of jobs split between cluster, host and VM target types.The company reports that the Enterprise Manager 12c plug-in supports vSphere versions 4.0, 4.5 and 5.0.  Platforms supported include Linux 64-bit, Windows, AIX and Solaris SPARC and x86.  Information about the plug-in, including how to sign up for the beta, is available at their web site at http://bluemedora.com after selecting the "Products" tab. NetApp Storage Plug-in NetApp believes the combination of storage system monitoring with comprehensive management of Oracle systems with Enterprise Manager will help customers reduce the cost and complexity of managing applications that rely on NetApp storage and Oracle technologies.  So, NetApp built a plug-in and reports that it has comprehensive availability and performance information for NetApp storage systems.  Using the plug-in, Oracle Enterprise Manager customers with NetApp storage solutions can track the association between databases and storage components and thereby respond to faults and IO performance bottlenecks quickly. With the latest configuration management capabilities, one can also perform drift analysis to make sure all storage systems are configured as per established gold standards. The company is also now signing up beta customers, which can be done at the NetApp Communities site at https://communities.netapp.com/groups/netapp-storage-system-plug-in-for-oem12c-beta. Ross Carl “Rocky” Anderson served two terms as the 33rd mayor of Salt Lake City, Utah, between 2000 and 2008.  He is the Executive Director of High Road for Human Rights.  Prior to serving as Mayor, he practiced law for 21 years in Salt Lake City, during which time he was listed in Best Lawyers in America, was rated A-V (highest rating) by Martindale-Hubbell, served as Chair of the Utah State Bar Litigation Section[4] and was Editor-in-Chief of, and a contributor to, Voir Dire legal journal. As mayor, Anderson rose to nationwide prominence as a champion of several national and international causes, including climate protection, immigration reform, restorative criminal justice, LGBT rights, and an end to the "war on drugs".   • Is a university education really worth it for a good programmer?

    The title says it all, but here's the personal side of it: I've been doing design and programming for about as long as I can remember. If there's a programming problem, I can figure it out. (Though admittedly StackOverflow has allowed me to skip the figuring out and get straight to the doing in many instances.) I've made games, esoteric programming languages, and widgets and gizmos galore. I'm currently working on a general-purpose programming language. There's nothing I do better than programming. However, I'm just as passionate about design. Thus when I felt leaving high school that my design skills were lacking, I decided to attend university for New Media Design and Imaging, a digital design-related major. For a year, I diligently studied art and programmed in my free time. As the next year progressed, however, I was obligated to take fewer art and design classes and more technical classes. The trouble was of course that these classes were geared toward non-technical students, and were far beneath my skill level at the time. No amount of petitioning could overcome the institution's reluctance to allow me to test out of such classes, and the major offered no promise for any greater challenge in the future, so I took the extreme route: I switched into the technical equivalent of the major, New Media Interactive Development. A lot of my credits moved over into the new major, but many didn't. It would have been infeasible to switch to a more rigorous technical major such as Computer Science, and having tutored Computer Science students at every level here, I doubt I would be exposed to anything that I haven't already or won't eventually find out on my own, since I'm so involved in the field. I'm now on track to graduate perhaps a year later than I had planned, which puts a significant financial strain on my family and my future self. My schedule continues to be bogged down with classes that are wholly unnecessary for me to take. I'm being re-introduced to subjects that I've covered a thousand times over, simply because I've always been interested in it all. And though I succeed in avoiding the cynical and immature tactic of failing to complete work out of some undeserved sense of superiority, I'm becoming increasingly disillusioned by the lack of intellectual stimulation. Further, my school requires students to complete a number of quarters of co-op work experience proportional to their major. My original major required two quarters, but my current requires three, delaying my graduation even more. To top it all off, college is putting a severe strain on my relationship with my very close partner of a few years, so I've searched diligently for co-op jobs in my area, alas to no avail. I'm now in my third year, and approaching that point past which I can no longer handle this. Either I keep my head down, get a degree no matter what it takes, and try to get a job with a company that will pay me enough to do what I love that I can eventually pay off my loans; or I cut my losses now, move wherever there is work, and in six months start paying off what debt I've accumulated thus far. So the real question is: is a university education really more than just a formality? It's a big decision, and one I can't make lightly. I think this is the appropriate venue for this kind of question, and I hope it sticks around for the sake of others who might someday find themselves in similar situations.   • What are some good questions (and good/bad answers) to ask at an interview to gauge the competency of the company/team?

    I'm already familiar with the Joel Test, but it's been my experience that some of the questions there have the answers "massaged" to make the company seem better than it is. I've had several jobs in the past that, for instance, claimed they had a QA process and did unit testing, and what they really meant is "The programmers test the app, and test with the debugger and via trial-and-error."; they said they used SVN but they just lumped everything into one giant repository and had no concept of branching/merging or anything more complicated than updating and committing; said they can build in one step and what they really mean is it's "one step" to copy dozens of files by hand from the programmer's PC to the live server. How do you go about properly gauging a company's environment to make sure that it's a well-evolved company and not stuck on doing things a certain way because they've done it for years and they're ignorant of change? You can almost never ask to see their source code, so you're stuck trying to figure out if the interviewer's answer is accurate or BS to make the company seem good. Besides the Joel Test what are some other good questions to get the proper feel for a company, and more importantly what are some good and bad answers that could indicate a good or bad company? I mean something like (take at face value, please, it's all I could think of at short notice): Question: How does the software team apply the SOLID principles and Inversion of Control to their code? Good Answer: We adhere to SOLID wherever possible; we use TDD so it kind of forces us to write abstract, testable code. We use Ninject for our IoC container because it's fairly easy to configure - it was that or StructureMap but I find Ninject a bit more intuitive, and who doesn't like ninjas? You're not a pirate, are you? Bad Answer: Our code is pretty secure, yeah. And what's this Inversion of Control thing? I've never heard of it before. You see what I did there. The "good" answer uses facts to back it up and has a bit of "in crowd" humor; the bad answer shows complete ignorance of the question - not necessarily a bad thing if you are interviewing for a manger/director position, but a terrible answer and a huge red flag if you're interviewing as a developer and talking to a senior developer or manager! My biggest problem at the moment is being able to take a generic response and gauge whether it's the good or bad answer; more often than not it's the bad kind and I find myself frustrated almost from day one at the new job. I suppose I could name drop if I ask about specific things (e.g. "Do you write unit tests?" and if the answer is yes, ask if they use NUnit, MbUnit or something else; if they mention data access ask if they use a clean ORM like NHibernate or something more coupled like EF or Linq) but is there another way short of being resolute to actually call the interview on things (which will almost certainly result in not getting the job, but if they are skirting the question it's probably not a job I want).

  • Gartner PCC: A Shovel & Some Ah-Ha's

    When Gartner Vice President and leading analyst Whit Andrews kicked off the Gartner Portals, Content & Collaboration Summit on Monday, March 12 at the Gaylord Palms in Orlando, FL by bringing a shovel to the stage, eyebrows raised and a few thoughts went through my head. Either this guy plans to go help the construction workers outside construct that new pool at the Gaylord or he took a wrong turn and is at the wrong conference. Oh and how did he get that shovel through airport security? As Whit explained more his objective became more clear…take everything anyone has ever told you about portals and throw it out the window, as portals have evolved and times they are most certainly changing. The future Web is here, available not only on browsers but also via a broad spectrum of access points, including automobiles, consumer electronics and more and more mobile devices. Not merely prevalent, the future Web is also multimedia-driven and operates in real time, driven by mobility, social media, streaming video and other dynamic services. Applications and user experiences are in the midst of an evolution — from the early, simple mobile Web models to today’s Web 2.0 mobile apps and, ultimately, to a world of predominantly Web apps. Additionally, cloud services will forever change how portals and user experience are designed, built, delivered, sourced and managed. So what does this mean for you? Today’s organizations need software that will enable them to not just do their jobs, but to do it in a way that is familiar and easy for them.  What does this mean for IT? Use software and technology as an enabler, not as a roadblock. Overall, we had a great week in Orlando learning about how to improve the user experience, manage content explosion, launch social initiatives, transition to mobile environments and understand cloud and SaaS options.  We had some great conversations throughout the conference and at the Oracle booth. Lots of demonstrations were given of Oracle WebCenter Sites and Oracle Social Network. And as Christie mentioned earlier this week, our Vice President of Product Management and Strategy for WebCenter Loren Weinberg presented on the topic of customer engagement and talked about how organization’s relationships with their customers have fundamentally changed today and the resulting impact that has on their priorities.  Loren also talked about the importance of customer engagement, why that matters now more than ever, and what you can do to help your company or organization succeed in this new world. The question asked in every keynote and session was a simple one: What is your “ah-ha” moment? I personally had quite a few, some of which I’ve captured below. 70% of internal social initiatives eventually fail. By 2014, refusing to communicate with consumers via social media will be as harmful as ignoring emails/phone calls is today. Customer engagement = multi-channel + social & interactive + personal & relevant + optimized. If people choose to talk about your product/company/service, it's because it's remarkable. -- Seth Godin's keynote (one of the highlights of the conference!) The Web will become the primary method used for delivering content and applications to mobile devices. By 2015, 20% of smart phone users worldwide will conduct commerce using context-enriched services on a weekly basis.  86% of customers will pay more for a better customer experience. 6 P's of Quality User Experience.   • Sunshine after the iCloud release?

    "Why should I believe them? They're the ones that brought us MobileMe? It was not our finest hour, but we learned a lot." Steve Jobs June 6th 2011 Apple's new cloud service has been met with uncritical excitement by industry commentators.  It is wonderful what a rename can do.  Apple has had a 'cloud' offering for three years called MobileMe, successor to .MAC and  iTools, so iCloud is now the fourth internet service Apple have attempted. If this had been Microsoft, there would have been catcalls all around the blogosphere.  I'll admit that there is a lot more functionality announced for iCloud than MobileMe has ever managed to achieve, but then almost anything has more functionality than MobileMe.  It's an expensive service (£120 a year in the UK, $90 in the states), launched as far back as  June 9, 2008, that has delivered very little and suffered a string of technical problems; the documentation was mainly  a community effort, built up gradually by the frustrated and angry users. It was supposed to synchronise PC Outlook calendars but couldn't manage Microsoft Exchange (Google could, of course). It used WebDAV to allow Windows users to attach to the filestore, but didn't document how to do it. The method for downloading and uploading files to the cloud-based filestore was ridiculously clunky. It allowed you to post photos on a public site, but forgot to include a way of deleting photos. I could go on with the list, but you can explore the many sites that have flourished to inhabit the support-vacuum left by Apple. MobileMe should have had all the bright new clever things announced for iCloud. Apple dropped the ball, and allowed services such as Flickr to fill the void. However, their PR skills are such that, a name-change later (the .ME.com email address remains), it has turned a rout into a victory, and hundreds of earnest bloggers have been extolling Apple's expertise in cloud matters. This must be frustrating for the other cloud providers who have quietly got the technology working right. I wish iCloud well, even though I resent the expensive mess they made of MobileMe. Apple promise that iCloud will sync files, apps, app data, and media across all the different iOS5 devices, Macs, and PCs. It also hopes to sync music across devices, but not video content. They've offered existing MobileMe users free use of the MobileMe service for a year as the product is morphed, and they will be able to transfer to iCloud when it is launched in the autumn.  On June 30, 2012, MobileMe will die, and Apple's iWeb is also soon to join iTools and .MAC in the hereafter. So why get excited about iCloud? That all depends on the level of PC integration. Whereas iOS5 machines will be full participants in the new world of data-sharing (Sorry iPod Touch users) what about .NET libraries? There is talk of synchronising 'My Pictures' libraries with iOS5 and iMac machines, but little more detail as yet. Apple has a lot to prove with iCloud and anyone with actual experience of their past attempts to get into cloud services will be wary.

  • Friday Tips #6, Part 1

    We have a two parter this week, with this post focusing on desktop virtualization and the next one on server virtualization. Question: Why would I use the Oracle Secure Global Desktop Secure Gateway? Answer by Rick Butland, Principal Sales Consultant, Oracle Desktop Virtualization: Well, for the benefit of those who might not be familiar with client connections in Oracle Secure Global Desktop (SGD), let me back up and briefly explain. An SGD client connects to an SGD server using two distinct protocols, which, by default, require two distinct TCP ports. The first is the HTTP protocol, used by the web browser to connect to the SGD webserver on TCP port 80, or if secure connections are enabled (SSL/TLS), then TCP port 443, commonly identified as the "HTTPS" port, that is, "SSL encrypted HTTP." The second protocol from the client to the server is the Adaptive Internet Protocol, or AIP, which is used for displaying applications, transferring drive mapping data, print jobs, and so on. By default, AIP uses the TCP port 3104, or port 5307 when SSL is enabled. When SGD clients need to access SGD over a firewall, the ports that AIP requires are typically "closed"; and most administrators are reluctant, to put it mildly, to change their firewall configurations to allow AIP traffic on 3144/5307.   To avoid this problem, SGD introduced "Firewall Forwarding", a technique where, in effect, both http and AIP traffic are "multiplexed" onto a single "well-known" TCP port, that is port 443, the https port.  This is also known as single-port firewall traversal.  This technique takes advantage of the fact that, as a "well-known service", port 443 is usually "open",   allowing (encrypted) traffic to pass. At the target SGD server, the two protocols are de-multiplexed and routed appropriately. The Secure Gateway was developed in response to requirements from customers for SGD to support multi-stage DMZ's, and to avoid exposing SGD servers and the information they contain directly to connections from the Internet. The Secure Gateway acts as a reverse-proxy in the first-tier of the DMZ, accepting, authenticating, and terminating incoming client connections, and then re-encrypting the connections, and proxying them, routing them on to SGD servers, deeper in the network. The client no longer needs to know the name/IP address of the SGD servers in their network, they connect to the gateway, only. The gateway takes care of those internal network details.     The Secure Gateway supports the same "single-port firewall" capability as does "Firewall Forwarding", but offers the additional advantage of load-balancing incoming client connections amongst SGD array members, which could be cumbersome without a forward-deployed secure gateway. Load-balancing weights and policies can be monitored and tuned using the "Balancer Manager" application, and Apache mod_proxy_balancer directives.   Going forward, our architects recommend the use of the Secure Gateway over "Firewall Forwarding" for single-port firewall traversal, due to its architectural advantages, its greater flexibility and enhanced features.  Finally, it should be noted that the Secure Gateway is not separately priced; any licensed SGD customer may use the Secure Gateway component at no additional cost.   For more information, see the "Secure Gateway Administrator's Guide".

  • How the SPARC T4 Processor Optimizes Throughput Capacity: A Case Study

    This white paper demonstrates the architected latency hiding features of Oracle’s UltraSPARC T2+ and SPARC T4 processors That is the first sentence from this technical white paper, but what does it exactly mean? Let's consider a very simple example, the computation of a = b + c. This boils down to the following (pseudo-assembler) instructions that need to be executed: load @b, r1 load @c, r2 add r1,r2,r3 store r3, @a The first two instructions load variables b and c from an address in memory (here symbolized by @b and @c respectively). These values go into registers r1 and r2. The third instruction adds the values in r1 and r2. The result goes into register r3. The fourth instruction stores the contents of r3 into the memory address symbolized by @a. If we're lucky, both b and c are in a nearby cache and the load instructions only take a few processor cycles to execute. That is the good case, but what if b or c, or both, have to come from very far away? Perhaps both of them are in the main memory and then it easily takes hundreds of cycles for the values to arrive in the registers. Meanwhile the processor is doing nothing and simply waits for the data to arrive. Actually, it does something. It burns cycles while waiting. That is a waste of time and energy. Why not use these cycles to execute instructions from another application or thread in case of a parallel program? That is exactly what latency hiding on the SPARC T-Series processors does. It is a hardware feature totally transparent to the user and application. As soon as there is a delay in the execution, the hardware uses these otherwise idle cycles to execute instructions from another process. As a result, the throughput capacity of the system improves because idle cycles are no longer wasted and therefore more jobs can be run per unit of time. This feature has been in the SPARC T-series from the beginning, so why this paper? The difference with previous publications on this topic is in the amount of detail given. How this all works under the hood is fully explained using two example programs. Starting from the assembly language instructions, it is demonstrated in what way these programs execute. To really see what is happening we go down to the processor pipeline level, where the gaps in the execution are, and show in what way these idle cycles are filled by other copies of the same program running simultaneously. Both the SPARC T4 as well as the older UltraSPARC T2+ processor are covered. You may wonder why the UltraSPARC T2+ is included. The focus of this work is on the SPARC T4 processor, but to explain the basic concept of latency hiding at this very low level, we start with the UltraSPARC T2+ processor because it is architecturally a much simpler design. From the single issue, in-order pipelines of this processor we then shift gears and cover how this all works on the much more advanced dual issue, out-of-order architecture of the T4. The analysis and performance experiments have been conducted on both processors. The results depend on the processor, but in all cases the theoretical estimates are confirmed by the experiments.   • Know your Data Lineage

    An academic paper without the footnotes isn’t an academic paper. Journalists wouldn’t base a news article on facts that they can’t verify. So why would anyone publish reports without being able to say where the data has come from and be confident of its quality, in other words, without knowing its lineage. (sometimes referred to as ‘provenance’ or ‘pedigree’) The number and variety of data sources, both traditional and new, increases inexorably. Data comes clean or dirty, processed or raw, unimpeachable or entirely fabricated. On its journey to our report, from its source, the data can travel through a network of interconnected pipes, passing through numerous distinct systems, each managed by different people. At each point along the pipeline, it can be changed, filtered, aggregated and combined. When the data finally emerges, how can we be sure that it is right? How can we be certain that no part of the data collection was based on incorrect assumptions, that key data points haven’t been left out, or that the sources are good? Even when we’re using data science to give us an approximate or probable answer, we cannot have any confidence in the results without confidence in the data from which it came. You need to know what has been done to your data, where it came from, and who is responsible for each stage of the analysis. This information represents your data lineage; it is your stack-trace. If you’re an analyst, suspicious of a number, it tells you why the number is there and how it got there. If you’re a developer, working on a pipeline, it provides the context you need to track down the bug. If you’re a manager, or an auditor, it lets you know the right things are being done. Lineage tracking is part of good data governance. Most audit and lineage systems require you to buy into their whole structure. If you are using Hadoop for your data storage and processing, then tools like Falcon allow you to track lineage, as long as you are using Falcon to write and run the pipeline. It can mean learning a new way of running your jobs (or using some sort of proxy), and even a distinct way of writing your queries. Other Hadoop tools provide a lot of operational and audit information, spread throughout the many logs produced by Hive, Sqoop, MapReduce and all the various moving parts that make up the eco-system. To get a full picture of what’s going on in your Hadoop system you need to capture both Falcon lineage and the data-exhaust of other tools that Falcon can’t orchestrate. However, the problem is bigger even that that. Often, Hadoop is just one piece in a larger processing workflow. The next step of the challenge is how you bind together the lineage metadata describing what happened before and after Hadoop, where ‘after’ could be  a data analysis environment like R, an application, or even directly into an end-user tool such as Tableau or Excel. One possibility is to push as much as you can of your key analytics into Hadoop, but would you give up the power, and familiarity of your existing tools in return for a reliable way of tracking lineage? Lineage and auditing should work consistently, automatically and quietly, allowing users to access their data with any tool they require to use. The real solution, therefore, is to create a consistent method by which to bring lineage data from these data various disparate sources into the data analysis platform that you use, rather than being forced to use the tool that manages the pipeline for the lineage and a different tool for the data analysis. The key is to keep your logs, keep your audit data, from every source, bring them together and use the data analysis tools to trace the paths from raw data to the answer that data analysis provides.

  • How to automate a monitoring system for ETL runs

    Upon completion of the Primavera ETL process there are a few ways to determine if the process finished successfully.  First, in the <installation directory>\log folder,  there is a staretlprocess.log and staretl.html files. These files will give the output results of the ETL run. The staretl.html file will give a detailed summary of each step of the process, its run time, and its status. The .log file, based on the logging level set in the Configuration tool, can give extensive information about the ETL process. The log file can be used as a validation for process completion.  To automate the monitoring of these log files, perform the following steps: 1. Write a custom application to parse through the log file and search for [ERROR] . In most cases,  a major [ERROR] could cause the ETL process to fail. Searching the log and finding this value is worthy of an alert. 2. Determine the total number of steps in the ETL process, and validate that the log file recorded and entry for the final step.  For example validate that your log file contains an entry for Step 39/39 (could be different based on the version you are running). If there is no Step 39/39, then either the process is taking longer than expected or it didn't make it to the end.  Either way this would be a good cause for an alert. 3. Check the last line in the log file. The last line of the log file should contain an indication that the ETL run completed successfully. For example, the last line of a log file will say (results could be different based on Reporting Database versions):   [INFO] (Message) Finished Writing Report 4. You could write an Ant script to execute the ETL process and have it set to - failonerror="true" - and from there send results to an external tool to monitor the jobs, send to email, or send to database. With each ETL run, the log file appends to the existing log file by default. Because of this behavior, I would recommend renaming the existing log files before running a new ETL process. By doing this,  only log entries for the currently running ETL process is recorded in the new log files. Based on these log entries, alerts can be setup to notify the administrator or DBA. Another way to determine if the ETL process has completed successfully is to monitor the etl_processmaster table.  Depending on the Reporting Database version this could be in the Stage or Star databases. As of Reporting Database 2.2 and higher this would be in the Star database.  The etl_processmaster table records entries for the ETL run along with a Start and Finish time.  If the ETl process has failed the Finish date should be null. This table can be queried at a time when ETL process is expected to be finished and if null send an alert.  These are just some options. There are additional ways this can be accomplished based around these two areas - log files or database.   • The Minimalist Approach to Content Governance - Request Phase

Without doing this, there is no way to get a handle on the content life-cyle, resulting in a mass of orphaned material. This lowers the quality of end user experiences.     The good news is that by using a simple process in this request phase - we will not have to revisit this phase unless something drastic changes in the project. For each of the elements mentioned above in this stage, the why, how (technically focused) and impact are outlined with the intent of providing the most value to a small team. 1. Ownership Why - Without ownership information it will not be possible to track and manage any of the content and take advantage of many features of enterprise content management technology. To hedge against this, we need to ensure that both a individual and their group or department within the organization are associated with the content. How - Apply metadata that indicates the owner and department or group that has responsibility for the content. Impact - It is possible to keep the content system optimized by running native reports against the meta-data and acting on them based on what has been outlined for success criteria. This will maximize end user experience, as content will be faster to locate and more relevant to the user by virtue of working through a smaller collection. 2. Business Purpose Why - This simple step will weed out requests that have tepid justification, as users will most likely not spend the effort to request resources if they do not have a real need. How - Use a simple online form to collect and workflow the request to management native to the content system. Impact - Minimizes the amount user generated content that is of low value to the organization. 3. Prerequisite Education Resources Needed Why - If a project cannot be properly staffed the probability of its success is going to be low. By outlining the resources needed - in both skill set and duration - it will cause the requesting party to think critically about the commitment needed to complete their project and what gap must be closed with regard to education of those resources. How - In the simple request form outlined above, resources and a commitment to fulfilling any needed education should be included with a brief acceptance clause that outlines the requesting party's commitment. Impact - This stage acts as a formal commitment to ensuring that resources are able to execute on the vision for the project. 4. Success Criteria Why - Similar to the business purpose, this is a key element in helping to determine if the project and its respective content should continue to exist if it does not meet its intended goal. How - Set a review point for the project content that will check the progress against the originally outlined success criteria and then determine the fate of the content. This can even include logic that will tell the content system to remove items that have not been opened by any users in X amount of time. Impact - This ensures that projects and their contents do not live past their useful lifespans. Just as with orphaned content, non-relevant information will slow user's access to relevant materials for the jobs. Request Phase Summary With a simple form that outlines the ownership of a project and its content, business purpose, education and resources, along with success criteria, we can ensure that an enterprise content management system will stay clean and relevant to end users - allowing it to deliver the most value possible. The key here is to make it straightforward to make the request and let the content management technology manage as much as possible through metadata, retention policies and workflow. Doing these basic steps will allow project content to get off to a great start in the enterprise!
