  • Extending QuickBooks Reporting with the QuickBooks ADO.NET Data Provider

    The ADO.NET Provider for QuickBooks comes with several reports you may request from QuickBooks by default. However, there are many more that are not readily available. The ADO.NET Provider for QuickBooks makes it easy for you to create new reports and customize existing ones. In this article, we will illustrate how to create your own report and retrieve it from the Server Explorer in Visual Studio. For this example we will show how to create an Item Profitability Report. Creating the report script file Step 1: Download the sample reports available here. Extract them to a folder of your choice. Step 2: Make a copy of the ReportGeneralSummary.rsd file and rename it to ItemProfitability.rsd. Then open the file in any text editor. Step 3: Open the installation directory of the ADO.NET Provider for QuickBooks. Under the \db\ folder, locate the ReportJob.rsb file. Open this file in another text editor. Note: Although we are using ReportJob.rsb for this example, other reports may be contained in other Report*.rsb files. We recommend consulting the included help file and first locating the Report stored procedure and ReportType you are looking for. Otherwise, you may open each Report*.rsb file and look under the "reporttype" input for the report you are attempting to create. Step 4: First, let's rename the title of ItemProfitability.rsd. Near the top of the file you will see a title and description. Change the title to match the name of the file. Change the description to anything you like. For example: <rsb:info title="ItemProfitability" description="Executes my custom report."> Just below the Title, there are a number of columns. The Id represents the row number. The RowType represents the type of data returned by QuickBooks. The ColumnValue* columns represent all of the column data returned by QuickBooks. In some instances, we may need to add additional ColumnValue columns. Step 5: To add additional ColumnValue columns, simply copy the last column, paste it directly below, and continue increasing the numerical value at end of the attribute name. For example: <attr name="ColumnValue9" xs:type="string" readonly="true" required="false" desc="Represents a column of data."/> <attr name="ColumnValue10" xs:type="string" readonly="true" required="false" desc="Represents a column of data."/> <attr name="ColumnValue11" xs:type="string" readonly="true" required="false" desc="Represents a column of data."/> <attr name="ColumnValue12" xs:type="string" readonly="true" required="false" desc="Represents a column of data."/> ... Caution: Do not rename the ColumnValue* definitions themselves. They are generalized so that we can understand each type of report returned by QuickBooks. Renaming them to something other than ColumnValue* will cause your columns to return with null values. Step 6: Now let's update the available inputs for the table. From the ReportJob.rsb file, copy all of the input elements into ItemProfitability under the "Psuedo-Column definitions" comment. You will be replacing the existing input elements in ItemProfitability with inputs from ReportJob. When you are done, it should look like this: <!-- Psuedo-Column definitions --> <input name="reporttype" description="The type of the report." value="ITEMESTIMATESVSACTUALS,ITEMPROFITABILITY,JOBESTIMATESVSACTUALSDETAIL,JOBESTIMATESVSACTUALSSUMMARY,JOBPROFITABILITYDETAIL,JOBPROFITABILITYSUMMARY," default="ITEMESTIMATESVSACTUALS" /> <input name="reportperiod" description="Report date range in the format (fromdate:todate), and either value may be omitted for an open ended range (e.g. 2009-12-25:). Supported date format: yyyy-MM-dd." /> <input name="reportdaterangemacro" description="Use a predefined date range." value="ALL,TODAY,THISWEEK,THISWEEKTODATE,THISMONTH,THISMONTHTODATE,THISQUARTER,THISQUARTERTODATE,THISYEAR,THISYEARTODATE,YESTERDAY,LASTWEEK,LASTWEEKTODATE,LASTMONTH,LASTMONTHTODATE,LASTQUARTER,LASTQUARTERTODATE,LASTYEAR,LASTYEARTODATE,NEXTWEEK,NEXTFOURWEEKS,NEXTMONTH,NEXTQUARTER,NEXTYEAR," default="ALL" /> ... Step 7: Now let's update the operationname attribute. This needs to match the same operationname used by ReportJob. After you have copied the correct value from ReportJob.rsb, the operationname in ItemProfitability should look like so: <rsb:set attr="operationname" value="qbReportJob"/> Step 8: There is one more thing we can do to make this a true Item Profitability report. We can remove the reporttype input and hardcode the value. To do this, copy and paste the rsb:set used for operationname. Then rename the attr and value to match the name and value you want to use. For example: <rsb:set attr="operationname" value="qbReportJob"/> <rsb:set attr="reporttype" value="ITEMPROFITABILITY"/> After this you can remove the input for reporttype. Now that you have your own report file, we can move on to displaying the report in the Visual Studio server explorer. Accessing the report through the Data Provider Step 1: Open Visual Studio. In the Server Explorer, configure a new connection with the QuickBooks Data Provider. Step 2: For the Location connection string property, enter the directory where the new report has been saved to. Step 3: The new report should appear as a new view in the Server Explorer. Let's retrieve data from it. Step 4: You can specify any inputs in the WHERE clause. New Report Example Script To help you get started using this new QuickBooks Data Provider report, you will need to download the QuickBooks ADO.NET Data Provider and the fully functional sample script.

    The RSSBus ADO.NET Providers offer an easy way to integrate with different data sources. In this article, we include a fully functional application that can be used to synchronize contacts between Google and QuickBooks. Like our QuickBooks ADO.NET Provider, the included application supports both the desktop versions of QuickBooks and QuickBooks Online Edition. Getting the Contacts Step 1: Google accounts include a number of contacts. To obtain a list of a user's Google Contacts, issue a query to the Contacts table. For example: SELECT * FROM Contacts. Step 2: QuickBooks stores contact information in multiple tables. Depending on your use case, you may want to synchronize your Google Contacts with QuickBooks Customers, Employees, Vendors, or a combination of the three. To get data from a specific table, issue a SELECT query to that table. For example: SELECT * FROM Customers Step 3: Retrieving all results from QuickBooks may take some time, depending on the size of your company file. To narrow your results, you may want to use a filter by including a WHERE clause in your query. For example: SELECT * FROM Customers WHERE (Name LIKE '%James%') AND IncludeJobs = 'FALSE' Synchronizing the Contacts Synchronizing the contacts is a simple process. Once the contacts from Google and the customers from QuickBooks are available, they can be compared and synchronized based on user preference. The sample application does this based on user input, but it is easy to create one that does the synchronization automatically. The INSERT, UPDATE, and DELETE statements available in both data providers makes it easy to create, update, or delete contacts in either data source as needed. Note that this demo is built using BETA builds of the ADO.NET Provider for Google V2 and ADO.NET Provider for QuickBooks V3, and will expire in 2013.   • Connect to QuickBooks from PowerBuilder using RSSBus ADO.NET Data Provider

    The RSSBus ADO.NET providers are easy-to-use, standards based controls that can be used from any platform or development technology that supports Microsoft .NET, including Sybase PowerBuilder. In this article we show how to use the RSSBus ADO.NET Provider for QuickBooks in PowerBuilder. A similar approach can be used from PowerBuilder with other RSSBus ADO.NET Data Providers to access data from Salesforce, SharePoint, Dynamics CRM, Google, OData, etc. In this article we will show how to create a basic PowerBuilder application that performs CRUD operations using the RSSBus ADO.NET Provider for QuickBooks. Step 1: Open PowerBuilder and create a new WPF Window Application solution. Step 2: Add all the Visual Controls needed for the connection properties. Step 3: Add the DataGrid control from the .NET controls. Step 4:Configure the columns of the DataGrid control as shown below. The column bindings will depend on the table. <DataGrid AutoGenerateColumns="False" Margin="13,249,12,14" Name="datagrid1" TabIndex="70" ItemsSource="{Binding}"> <DataGrid.Columns> <DataGridTextColumn x:Name="idColumn" Binding="{Binding Path=ID}" Header="ID" Width="SizeToHeader" /> <DataGridTextColumn x:Name="nameColumn" Binding="{Binding Path=Name}" Header="Name" Width="SizeToHeader" /> ... </DataGrid.Columns> </DataGrid> Step 5:Add a reference to the RSSBus ADO.NET Provider for QuickBooks assembly. Step 6:Optional: Set the QBXML Version to 6. Some of the tables in QuickBooks require a later version of QuickBooks to support updates and deletes. Please check the help for details.   • Quickbooks and Cisco ASA 5505

    I have a Cisco ASA 5505, and everything has seemed to function fine, however I have had problems with Quickbooks 2008 running super slow over the network (Samba) and narrowed it down to the Cisco box. Other Samba transfers seem to be pretty fast, and the Quickbooks file is not very large at all (<25 MB), and other Samba transfers seem to be fine. However, I'm not sure if Quickbooks uses another protocol or if there are other ports that need to be opened. Can anybody give me any clues on how to resolve or troubleshoot the problem or have any prior experience with running Quickbooks over a network?

  • Concurrent users with Quickbooks?

    I work in a company with 3 people who regularly use the same Quickbooks file. However, they work remotely on different networks. I need to implement a solution that allows all three of us to access Quickbooks at the same time remotely (and each make changes at the same time). We have a spare desktop PC that can be utilized as a server. So, my question is: what is the cheapest and most hassle-free solution to solving this problem? I've considered using application cloud hosting, however, it is very expensive ($40 per user a month) and we are on a tight budget. Is it possible to install Quickbooks on my own server, and have them connect to it remotely? If so, what is the best way to accomplish this? Remote desktop protocol? Or is there a built in feature for this with Quickbooks Premier 2013? EDIT: As MDMarra mentioned, I am looking for a solution that offers true simultaneous access. Will using a dedicated server and having users connect to a VPN be a viable solution?

  • Incremental backups in Quickbooks 2005

    My church uses Quickbooks 2005. They have a backup to a 512 MB thumbdrive. They have been backing up about every week for the past 18 months. The filesize of the backups have grown from 14 MB to about 23 MB. I was planning on giving them a 1 or 2 GB thumb drive and calling it a day, but when I dumped this info into Excel and projected out the growth rate, I found that we'll hit 1 GB in July, and 10 GB in about another 18 months, and then 100 GB about 18 months after that. It looks to me like Quickbooks saves all the transactions with every backup. Is there a way to force incremental backups? If this is the way it is, that's fine, but I'd rather not keep buying another order of magnitude of storage space every 18 months. Can I safely delete the previous backups, and just keep the recent 2 or 3 months worth? Thanks.

  • Subversion and Quickbooks Files

    I currently have a large problem on one of the file servers I manage for an Accounting Firm. Quickbooks has a tendency to create multiple files of the same thing over and over to prevent data loss. This is a good thing when you handle just a few files. But at an accounting firm it becomes a problem. Some of the older clients have 5-10 files in their respective folders, each with a different cut off date. Because of user error some of these file aren't labeled properly with their correct cutoff dates. This is where Subversion came to mind. Using the revision system would allow for 1 file to be master and have all of its revisions. Has anyone ever tried this with Quickbooks files? I've only used SVN with code for applications making each file size much smaller. How does SVN stand up with larger files like 10-25MB? I'm not exactly sure how SVN handles revisions - does it keep a duplicate of the files and duplicates the disk space space needed?

    I've received a 'template' for an IIF file for Quickbooks transactions, and there's like seventy-bazillion fields in there, lots of which I never even user. It's a tab delimited file, with the following lines--field headers for transactions and respective splits for those transactions, followed by an end-of-transaction marker. !TRNS FIELD1 FIELD2 FIELD3 ... FIELD48 !SPL FIELD1 FIELD2 FIELD3 ... FIELD48 !ENDTRNS TRNS FIELD1_DATA FIELD2_DATA FIELD3_DATA ... FIELD48_DATA SPL FIELD1_DATA FIELD2_DATA FIELD3_DATA ... FIELD48_DATA ENDTRNS ... What drives data to a particular field? Is it the field header with corresponding data, or is it the tabular position relative to the head of the line?     I have configured my bank account within quickbooks to import bank statements. I have wxported the bank statement. Then used the convert process available within QB to convert. The file name shows the bsb then some other figures and then the account number. However it will not import. I am wondering how ot make this work.   • Quickbooks Error - Can't turn off auto updates

    My company uses quickbooks pro 2002 and unfortunately they won't upgrade at this time, the program keeps freezing and giving methe error: This action cannot be completed because this program is busy.. Then asks to switch or retry, I tracked it down to being an issue with IE since it's an old program and can't use the new versions of IE (the program uses IE for it's interface for some STUPID reason). Everyone says to disable auto updates but the problem is that I can't get to the options area to disable the updates (the options area uses IE!!!) so I'm screwed, I have to sit there and click retry 40-50 times several times a day and it's driving me nutz. I've been looking online for days but have not found a solution to this predicament. Is there a way to disable auto updates through the configuration files? Any help is greatly appreciated.

In this article, we show how to use LINQPad to connect to QuickBooks using the RSSBus ADO.NET Provider for QuickBooks. Although this example uses the QuickBooks Data Provider, the same process applies to any of our ADO.NET Providers. Create the Data Model Step 1: Download and install both the Data Provider from RSSBus and LINQPad (available at www.linqpad.net Step 2: Create a new project in Visual Studio and create a data model for it using the ADO.NET Entity Data Model wizard. Step 3: Create a new connection by clicking "New Connection", specify the connection string options, and click Next. Step 4: Select the desired tables and views and click Finish to create the data model. Step 5: Right click on the entity diagram and select 'Add Code Generation Item'. Choose the 'ADO.NET DbContext Generator'. Step 6: Now build the project. The generated files can be used to create a QuickBooks connection in LINQPad. Create the connection to QuickBooks in LINQPad Step 7:Open LINQPad and click 'Add New Connection'. Step 8: Choose 'Entity Framework DbContext POCO'. Step 9: Choose the data model assembly ('.dll') created by Visual Studio as the 'Path to Custom Assembly'. Choose the name of the custom DbContext, the path to the config file, and assign a name to the connection that will allow you to recognize its purpose. Step 10: Congratulations! Now you have a connection to QuickBooks, and you can query data through LINQPad.

Although this example uses the QuickBooks Data Provider, the same process can be used with any of our ADO.NET Providers. Creating the Model Step 1: Download and install the QuickBooks Data Provider from RSSBus. Step 2: Create a new MVC3 project in Visual Studio. Add a data model to the Models folder using the ADO.NET Entity Data Model wizard. Step 3: Create a new RSSBus QuickBooks Data Source by clicking "New Connection", specify the connection string options, and click Next. Step 4: Select all the tables and views you need, and click Finish to create the data model. Step 5: Right click on the entity diagram and select 'Add Code Generation Item'. Choose the 'ADO.NET DbContext Generator'. Creating the Controller and the Views Step 6: Add a new controller to the Controllers folder. Give it a meaningful name, such as ReceivePaymentsController. Also, make sure the template selected is 'Controller with empty read/write actions'. Before adding new methods to the Controller, create views for your model. We will add the List, Create, and Delete views. Step 7: Right click on the Views folder and go to Add -> View. Here create a new view for each: List, Create, and Delete templates. Make sure to also associate your Model with the new views. Step 10: Now that the views are ready, go back and edit the RecievePayment controller. Update your code to handle the Index, Create, and Delete methods. Sample Project We are including a sample project that shows how to use the QuickBooks Data Provider in an MVC3 application. You may download the C# project here or download the VB.NET project here. You will also need to install the QuickBooks ADO.NET Data Provider to run the demo. You can download a free trial here. To use this demo, you will also need to modify the connection string in the 'web.config'.

  • Trying to connect to QuickBooks via Web Connect in asp.net

    I don't know if any of you have had experience with QuickBooks integration, but I have to try :) I downloaded QuickBooks Free Simple Start, Quickbooks Web Connector and Web Service sample code ... I've read Web Connector manual and followed instructions but, when using authenticate function, I always get error "nvu", meaning that username or password are not valid. Following instructions, I added this QWC file to QBWC: <?xml version="1.0"?> <QBWCXML> <AppName>My application</AppName> <AppID></AppID> <AppURL>http://localhost/QBWC/Service1.asmx</AppURL> <AppDescription>My application web service</AppDescription> <AppSupport>http://localhost/QBWC/Service1.asmx?wsdl</AppSupport> <OwnerID>{87EDAAF8-637E-4203-867F-4BA79C2F8998}</OwnerID> <FileID>{CA1C3EB8-1B61-4747-A743-8D5B438B83AC}</FileID> <UserName>test</UserName> <QBType>QBFS</QBType> <Style>Document</Style> <AuthFlags>0xF</AuthFlags> </QBWCXML> After adding this this file to QBWC, I also added password "1234". After that, I opened my web service: http://localhost/WCWebService/WCWebService.asmx?op=authenticate and in field "strUserName" entered "test", in field "strPassword" entered: "1234". But "nvu" is always returned as a result. If someone is familiar with this I would appreciate for help!

    Our company uses Quickbooks Online to track our books. When our application bills a customer, it would be nice to have that information recorded automatically in QB rather than logging in to QB Online to fill in the info. Is there a way to accomplish this using Quickbook's APIs? The Intuit developer information is very confusing; it is mainly oriented towards extending the desktop version of Quickbooks or developing apps to publish in Intuit's app store. Have you successfully created a web or other service-side app that was able to pull data to or from QB Online?

    I'm attempting to process Quickbooks My Time imt files using PHP. The imt file is a plaintext XML file. I've been able to use the PHP SimpleXML library with no issues but one: The numeric representations of datetime in the My Time XML files is something I've never seen before: <object type="TIMEPERIOD" id="z128"> <attribute name="notes" type="string"></attribute> <attribute name="start" type="date">308073428.00000000000000000000</attribute> <attribute name="running" type="bool">0</attribute> <attribute name="duration" type="double">3600</attribute> <attribute name="datesubmitted" type="date">310526237.59616601467132568359</attribute> <relationship name="activity" type="1/1" destination="ACTIVITY" idrefs="z130"></relationship> </object> You can see that attritube[@name='start'] has a value of: 308073428.00000000000000000000 This is not Excel based method of storage 308,073,428 is too many days since 1900-01-00 and it isn't Unix Epoch either. So, my question is, has anyone ever seen this type of datetime representation?

  • Quickbooks ItemServiceQueryRq not returning all service items

    I am implementing a billing system for a client. I wrote this XML query to grab all the Item Service Codes from the company file: <?xml version=\"1.0\" encoding=\"utf-8\"?><?qbxml version=\"2.0\"?><QBXML><QBXMLMsgsRq onError=\"continueOnError\"><ItemServiceQueryRq requestID=\"81\"></ItemServiceQueryRq></QBXMLMsgsRq></QBXML> For the life of me I can't get QB web connector to return all of the service codes. The company file has about 500 service codes but it only returns 67. Does anyone have any idea on why this would happen? The QB web connector application log doesn't provide any hints either.

  • Install MS Office on Windows Server 2008 - in support of Quickbooks RemoteApp

    How can I install MS Office on Windows Server 2008? The purpose would be to enable Quickbooks to be able to export to Excel. Quickbooks is set up to run as a RemoteApp in a Terminal Server environment. The Quickbooks applicaiton senses whether or not Excel is installed and will not allow the user to create an Excel report unless Excel is actually installed on the client running Quickbooks. Since the client and the server are the same machine in a Terminal Server environment, Excel must be installed on Windows Server for the Quickbooks Excel exporting feature to work in this setup. There is no need to actually use Excel in a Terminal Services environment. We only need to generate the Excel files using the server, then we can use an installed version Excel on a regular Windows 7 machine to work with the Excel file. MS Office does not normally install on Windows Server. Is there any way to buy a special license? Could we somehow fool Quickbooks into thinking Excel is installed, if that would work?

    Poking around options for integrating an online app with Quickbooks, I've made a lot of headway with QBWC, but it's fairly ugly. From an end user perspective the usability of QBWC is pretty low. Intuit is now pushing Intuit Partner Platform (IPP) and Intuit Data Services (IDS). I can't quite figure out what these are about: Is IPP limited to using Flex, or can it work with existing web apps? Are there APIs for actual data exchange? Is it possible to interact with desktop Quickbooks using IPP or IDS? If there is sample code, particularly in Python, some pointers would be great.
