  • The SharePoint Search Dropdown shows only This site as the scope.

    Hi All, I have a team site in which the Search scope dropdown only shows This site and it doesn't show All Sites and People in the dropdown.Any one knows why? I have not enabled Custom scopes in Search settings for this site because I don't have Search Center created. If I create search center and specify as a custom scope in this site I can see all 3 scopes in the dropdown. I am just trying to understand whether I need to have Search Center created to have all these shared scopes getting displayed in the Search Scopes drop down?

  • Help with simple query - why isn't an index being used?

    I have the following query: SELECT MAX([LastModifiedTime]) FROM Workflow There are approximately 400M rows in the Workflow table. There is an index on the LastModifiedTime column as follows: CREATE NONCLUSTERED INDEX [IX_Workflow_LastModifiedTime] ON [dbo].[Workflow] ( [LastModifiedTime] ASC )WITH (PAD_INDEX = OFF, STATISTICS_NORECOMPUTE = OFF, SORT_IN_TEMPDB = OFF, IGNORE_DUP_KEY = OFF, DROP_EXISTING = OFF, ONLINE = OFF, ALLOW_ROW_LOCKS = ON, ALLOW_PAGE_LOCKS = ON, FILLFACTOR = 100) The above query takes 1.5 minutes to execute. Why wouldn't SQL Server use the above index and simply retrieve the last row in the index to get the maximum value? Thanks.

URL of Team Project Collection. /teamproject Required. Specifies the name of the team project. /processtemplate Required. Specifies that name of the process template. /webapplication The name of the SharePoint Web Application. Must also specify relativepath. /relativepath The path for the site relative to the root URL for the SharePoint Web Application. Must also specify webapplication. /validate Specifies that the user inputs are to be validated. If specified, only validation will be done and no portal setting will be changed. /verbose Switches on the verbose mode. I created a new Team Project in TFS 2010 Beta 1 and choose not to configure SharePoint during the creation of the Team Project. Of course I found out fairly quickly that a portal for TFS is very useful, especially the Iteration and the Product backlog workbooks and the dashboard reports. This blog describes how you can configure the sharepoint portal afterwards. Update: September 9th, 2009 Adding the portal afterwards is much easier as described below. Here are the steps Step 1: Create a new temporary project (with a SharePoint site for it). Open the Team Explorer Right click in the Team Explorer the root node (i.e. the project collection) Select "New team project" from the menu Walk throught he wizard and make sure you check the option to create the portal (which is by default checked) Step 2: Disable the site for the new project Open the Team Explorer Select the team project you created in step 1 In the menu click on Team -> Show Project Portal. In the menu click on Team -> Team Project Settings -> Portal Settings... The following dialog pops up Uncheck the option "Enable team project portal" Confirm the dialog with OK Step 3: Enable the site for the original one. Point it to the newly created site. Open the Team Explorer Select the team project you want to add the portal to In the menu open Team -> Team Project Settings -> Portal Settings... The same dialog as in step 2 pops up Check the option "Enable team project portal" Click on the "Configure URL" button The following dialog pops up   In the dialog select in the combobox of the web application the TFS server Enter in the Relative site path the text "sites/[Project Collection Name]/[Team Project Name created in step 1]" Confirm the "Specify an existing SharePoint Site" with OK Check the "Reports and dashboards refer to data for this team project" option Confirm the dialog "Project Portal Settings" with OK Step 4: Delete the temporary project you created. In Beta 1, I have found no way to delete a team project. Maybe it will be available in TFS 2010 Beta 2. Original post Step 1: Create new portal site Go to the sharepoint site of your project collection (/sites//default.aspx">/sites//default.aspx">http://<servername>/sites/<project_collection_name>/default.aspx) Click on the Site Actions at the left side of the screen and choose the option Site Settings In the site settings, choose the Sites and workspaces option Create a new site Enter the values for the Title, the description, the site address. And choose for the TFS2010 Agile Dashboard as template. Create the site, by clicking on the Create button Step 2: Integrate portal site with team project Open Visual Studio Open the Team Explorer (View -> Team Explorer) Select in the Team Explorer tool window the Team Project for which you are create a new portal Open the Project Portal Settings (Team -> Team Project Settings -> Portal Setings...) Check the Enable team project portal checkbox Click on Configure URL... You will get a new dialog as below Enter the url to the TFS server in the web application combobox And specify the relative site path: sites/<project collection>/<site name> Confirm with OK Check in the Project Portal Settings dialog the checkbox "Reports and dashboards refer to data for this team project" Confirm the settings with OK (this takes a while...) When you now browse to the portal, you will see that the dashboards are now showing up with the data for the current team project. Step 3: Download process template To get a copy of the documents that are default in a team project, we need to have a fresh set of files that are not attached to a team project yet. You can do that with the following steps. Start the Process Template Manager (Team -> Team Project Collection Settings -> Process Template Manager...) Choose the Agile process template and click on download Choose a folder to download Step 4: Add Product and Iteration backlog Go to the Team Explorer in Visual Studio Make sure the team project is in the list of team projects, and expand the team project Right click the Documents node, and choose New Document Library Enter "Shared Documents", and click on Add Right click the Shared Documents node and choose Upload Document Go the the file location where you stored the process template from step 3 and then navigate to the subdirectory "Agile Process Template 5.0\MSF for Agile Software Development v5.0\Windows SharePoint Services\Shared Documents\Project Management" Select in the Open Dialog the files "Iteration Backlog" and "Product Backlog", and click Open Step 5: Bind Iteration backlog workbook to the team project Right click on the "Iteration Backlog" file and select Edit, and confirm any warning messages Place your cursor in cell A1 of the Iteration backlog worksheet Switch to the Team ribbon and click New List. Select your Team Project and click Connect From the New List dialog, select the Iteration Backlog query in the Workbook Queries folder. The final step is to add a set of document properties that allow the workbook to communicate with the TFS reporting warehouse. Before we create the properties we need to collect some information about your project. The first piece of information comes from the table created in the previous step.  As you collect these properties, copy them into notepad so they can be used in later steps. Property How to retrieve the value? [Table name] Switch to the Design ribbon and select the Table Name value in the Properties portion of the ribbon [Project GUID] In the Visual Studio Team Explorer, right click your Team Project and select Properties.  Select the URL value and copy the GUID (long value with lots of characters) at the end of the URL [Team Project name] In the Properties dialog, select the Name field and copy the value [TFS server name] In the Properties dialog, select the Server Name field and copy the value [UPDATE] I have found that this is not correct: you need to specify the instance of your SQL Server. The value is used to create a connection to the TFS cube. Switch back to the Iteration Backlog workbook. Click the Office button and select Prepare – Properties. Click the Document Properties – Server drop down and select Advanced Properties. Switch to the Custom tab and add the following properties using the values you collected above. Variable name Value [Table name]_ASServerName [TFS server name] [Table name]_ASDatabase tfs_warehouse [Table name]_TeamProjectName [Team Project name] [Table name]_TeamProjectId [Project GUID] Click OK to close the properties dialog. It is possible that the Estimated Work (Hours) is showing the #REF! value. To resolve that change the formula with: =SUMIFS([Table name][Original Estimate]; [Table name][Iteration Path];CurrentIteration&"*";[Table name][Area Path];AreaPath&"*";[Table name][Work Item Type]; "Task") For example =SUMIFS(VSTS_ab392b55_6647_439a_bae4_8c66e908bc0d[Original Estimate]; VSTS_ab392b55_6647_439a_bae4_8c66e908bc0d[Iteration Path];CurrentIteration&"*";VSTS_ab392b55_6647_439a_bae4_8c66e908bc0d[Area Path];AreaPath&"*";VSTS_ab392b55_6647_439a_bae4_8c66e908bc0d[Work Item Type]; "Task") Also the Total Remaining Work in the Individual Capacity table may contain #REF! values. To resolve that change the formula with: =SUMIFS([Table name][Remaining Work]; [Table name][Iteration Path];CurrentIteration&"*";[Table name][Area Path];AreaPath&"*";[Table name][Assigned To];[Team Member];[Table name][Work Item Type]; "Task") For example =SUMIFS(VSTS_ab392b55_6647_439a_bae4_8c66e908bc0d[Remaining Work]; VSTS_ab392b55_6647_439a_bae4_8c66e908bc0d[Iteration Path];CurrentIteration&"*";VSTS_ab392b55_6647_439a_bae4_8c66e908bc0d[Area Path];AreaPath&"*";VSTS_ab392b55_6647_439a_bae4_8c66e908bc0d[Assigned To];[Team Member];VSTS_ab392b55_6647_439a_bae4_8c66e908bc0d[Work Item Type]; "Task") Save and close the workbook. Step 6: Bind Product backlog workbook to the team project Repeat the steps for binding the Iteration backlog for thiw workbook too. In the worksheet Capacity, the formula of the Storypoints might be missing.   • Exploring the Excel Services REST API

    Over the last few years Analysis Services guru Chris Webb and I have been on something of a crusade to enable better access to data that is locked up in countless Excel workbooks that litter the hard drives of enterprise PCs. The most prominent manifestation of that crusade up to now has been a forum thread that Chris began on Microsoft Answers entitled Excel Web App API? Chris began that thread with: I was wondering whether there was an API for the Excel Web App? Specifically, I was wondering if it was possible (or if it will be possible in the future) to expose data in a spreadsheet in the Excel Web App as an OData feed, in the way that it is possible with Excel Services? Up to recently the last 10 words of that paragraph "in the way that it is possible with Excel Services" had completely washed over me however a comment on my recent blog post Thoughts on ExcelMashup.com (and a rant) by Josh Booker in which Josh said: Excel Services is a service application built for sharepoint 2010 which exposes a REST API for excel documents. We're looking forward to pros like you giving it a try now that Office365 makes sharepoint more easily accessible.  Can't wait for your future blog about using REST API to load data from Excel on Offce 365 in SSIS. made me think that perhaps the Excel Services REST API is something I should be looking into and indeed that is what I have been doing over the past few days. And you know what? I'm rather impressed with some of what Excel Services' REST API has to offer. Unfortunately Excel Services' REST API also has one debilitating aspect that renders this blog post much less useful than it otherwise would be; namely that it is not publicly available from the Excel Web App on SkyDrive. Therefore all I can do in this blog post is show you screenshots of what the REST API provides in Sharepoint rather than linking you directly to those REST resources; that's a great shame because one of the benefits of a REST API is that it is easily and ubiquitously demonstrable from a web browser. Instead I am hosting a workbook on Sharepoint in Office 365 because that does include Excel Services' REST API but, again, all I can do is show you screenshots. N.B. If anyone out there knows how to make Office-365-hosted spreadsheets publicly-accessible (i.e. without requiring a username/password) please do let me know (because knowing which forum on which to ask the question is an exercise in futility). In order to demonstrate Excel Services' REST API I needed some decent data and for that I used the World Tourism Organization Statistics Database and Yearbook - United Nations World Tourism Organization dataset hosted on Azure Datamarket (its free, by the way); this dataset "provides comprehensive information on international tourism worldwide and offers a selection of the latest available statistics on international tourist arrivals, tourism receipts and expenditure" and you can explore the data for yourself here. If you want to play along at home by viewing the data as it exists in Excel then it can be viewed here. Let's dive in.   The root of Excel Services' REST API is the model resource which resides at: http://server/_vti_bin/ExcelRest.aspx/Documents/TourismExpenditureInMillionsOfUSD.xlsx/model Note that this is true for every workbook hosted in a Sharepoint document library - each Excel workbook is a RESTful resource. (Update: Mark Stacey on Twitter tells me that "It's turned off by default in onpremise Sharepoint (1 tickbox to turn on though)". Thanks Mark!) The data is provided as an ATOM feed but I have Firefox's feed reading ability turned on so you don't see the underlying XML goo. As you can see there are four top level resources, Ranges, Charts, Tables and PivotTables; exploring one of those resources is where things get interesting. Let's take a look at the Tables Resource: http://server/_vti_bin/ExcelRest.aspx/Documents/TourismExpenditureInMillionsOfUSD.xlsx/model/Tables Our workbook contains only one table, called ‘Table1’ (to reiterate, you can explore this table yourself here). Viewing that table via the REST API is pretty easy, we simply append the name of the table onto our previous URI: http://server/_vti_bin/ExcelRest.aspx/Documents/TourismExpenditureInMillionsOfUSD.xlsx/model/Tables('Table1') As you can see, that quite simply gives us a representation of the data in that table. What you cannot see from this screenshot is that this is pure HTML that is being served up; that is all well and good but actually we can do more interesting things. If we specify that the data should be returned not as HTML but as: http://server/_vti_bin/ExcelRest.aspx/Documents/TourismExpenditureInMillionsOfUSD.xlsx/model/Tables('Table1')?$format=image then that data comes back as a pure image and can be used in any web page where you would ordinarily use images. This is the thing that I really like about Excel Services’ REST API – we can embed an image in any web page but instead of being a copy of the data, that image is actually live – if the underlying data in the workbook were to change then hitting refresh will show a new image. Pretty cool, no? The same is true of any Charts or Pivot Tables in your workbook - those can be embedded as images too and if the underlying data changes, boom, the image in your web page changes too. There is a lot of data in the workbook so the image returned by that previous URI is too large to show here so instead let’s take a look at a different resource, this time a range: http://server/_vti_bin/ExcelRest.aspx/Documents/TourismExpenditureInMillionsOfUSD.xlsx/model/Ranges('Data!A1|C15') That URI returns cells A1 to C15 from a worksheet called “Data”: And if we ask for that as an image again: http://server/_vti_bin/ExcelRest.aspx/Documents/TourismExpenditureInMillionsOfUSD.xlsx/model/Ranges('Data!A1|C15')?$format=image Were this image resource not behind a username/password then this would be a live image of the data in the workbook as opposed to one that I had to copy and upload elsewhere. Nonetheless I hope this little wrinkle doesn't detract from the inate value of what I am trying to articulate here; that an existing image in a web page can be changed on-the-fly simply by inserting some data into an Excel workbook. I for one think that that is very cool indeed! I think that's enough in the way of demo for now as this shows what is possible using Excel Services' REST API. Of course, not all features work quite how I would like and here is a bulleted list of some of my more negative feedback: The URIs are pig-ugly. Are "_vti_bin" & "ExcelRest.aspx" really necessary as part of the URI? Would this not be better: http://server/Documents/TourismExpenditureInMillionsOfUSD.xlsx/Model/Tables(‘Table1’) That URI provides the necessary addressability and is a lot easier to remember. Discoverability of these resources is not easy, we essentially have to handcrank a URI ourselves. Take the example of embedding a chart into a blog post - would it not be better if I could browse first through the document library to an Excel workbook and THEN through the workbook to the chart/range/table that I am interested in? Call it a wizard if you like. That would be really cool and would, I am sure, promote this feature and cut down on the copy-and-paste disease that the REST API is meant to alleviate. The resources that I demonstrated can be returned as feeds as well as images or HTML simply by changing the format parameter to ?$format=atom however for some inexplicable reason they don't return OData and no-one on the Excel Services team can tell me why (believe me, I have asked). $format is an OData parameter however other useful parameters such as $top and $filter are not supported. It would be nice if they were. Although I haven't demonstrated it here Excel Services' REST API does provide a makeshift way of altering the data by changing the value of specific cells however what it does not allow you to do is add new data into the workbook. Google Docs allows this and was one of the motivating factors for Chris Webb's forum post that I linked to above. None of this works for Excel workbooks hosted on SkyDrive This blog post is as long as it needs to be for a short introduction so I'll stop now.     Over the last few years Analysis Services guru Chris Webb and I have been on something of a crusade to enable better access to data that is locked up in countless Excel workbooks that litter the hard drives of enterprise PCs. The most prominent manifestation of that crusade up to now has been a forum thread that Chris began on Microsoft Answers entitled Excel Web App API? Chris began that thread with: I was wondering whether there was an API for the Excel Web App? Specifically, I was wondering if it was possible (or if it will be possible in the future) to expose data in a spreadsheet in the Excel Web App as an OData feed, in the way that it is possible with Excel Services? Up to recently the last 10 words of that paragraph "in the way that it is possible with Excel Services" had completely washed over me however a comment on my recent blog post Thoughts on ExcelMashup.com (and a rant) by Josh Booker in which Josh said: Excel Services is a service application built for sharepoint 2010 which exposes a REST API for excel documents. We're looking forward to pros like you giving it a try now that Office365 makes sharepoint more easily accessible.  Can't wait for your future blog about using REST API to load data from Excel on Offce 365 in SSIS. made me think that perhaps the Excel Services REST API is something I should be looking into and indeed that is what I have been doing over the past few days. And you know what? I'm rather impressed with some of what Excel Services' REST API has to offer. Unfortunately Excel Services' REST API also has one debilitating aspect that renders this blog post much less useful than it otherwise would be; namely that it is not publicly available from the Excel Web App on SkyDrive. Therefore all I can do in this blog post is show you screenshots of what the REST API provides in Sharepoint rather than linking you directly to those REST resources; that's a great shame because one of the benefits of a REST API is that it is easily and ubiquitously demonstrable from a web browser. Instead I am hosting a workbook on Sharepoint in Office 365 because that does include Excel Services' REST API but, again, all I can do is show you screenshots. N.B. If anyone out there knows how to make Office-365-hosted spreadsheets publicly-accessible (i.e. without requiring a username/password) please do let me know (because knowing which forum on which to ask the question is an exercise in futility). In order to demonstrate Excel Services' REST API I needed some decent data and for that I used the World Tourism Organization Statistics Database and Yearbook - United Nations World Tourism Organization dataset hosted on Azure Datamarket (its free, by the way); this dataset "provides comprehensive information on international tourism worldwide and offers a selection of the latest available statistics on international tourist arrivals, tourism receipts and expenditure" and you can explore the data for yourself here. If you want to play along at home by viewing the data as it exists in Excel then it can be viewed here.     We are building a product for Procurement Domain in JAVA. Following are the main technical requirements. Platform Independent Database Independent Browser Independent In functional requirements the product is very dynamic in nature. The main reason being the procurement process around the world is different from client to client. Briefly we need to have a dynamic workflow engine and a dynamic template engine. The workflow engine by which we can define any kind of workflows and the template engine allows us to define any kind of data structures and based on definition it can get the user input through workflow. We have been developing this product for almost 2 years. It has been a long time till we can get down with the dynamics of requirements. Till now we have developed a basic workflow and template engine and which is in use at one of the client. We have been using following technologies. GWT-Ext (Front End Framework) Hibernate (Database Layer) In between we have faced some issues with GWT-Ext (mainly browser compatibility) and database optimization due to sub classing in hibernate. For resolving GWT-Ext issue, which a dying community so we decided to move to SmartGWT. In SmartGWT we faced issues related to loading and now we are able to finalize that GWT 2.3 will be the way to go as the library is rich and performance is upto the mark. We are able to almost finalize GWT-Spring based front and middle layer. In hibernate, we found main issues with sub-classing due to that it was throwing astronomical queries and sometimes it would stop firing any queries for 5-10 seconds or may be around 30 seconds and then resume again. Few days back I came to one article related to ORM. I am a traditional .Net SQL developer and I have always worked with relational database. Reading through this article, I also found it relating to the issues I face. I am still not completely convinced of using hibernate and this article just supported my opinion. Following are the questions for which I am looking for an answer. Should we be going with Hibernate in case of dynamic database requirements and the load of the data will be heavy in future? How can we partition the data, how we can efficiently join the data, how we can optimize the queries? If the answer is no then how do we achieve database independence? Is our choice related to GWT and Spring proper or do we need to change that too? Should we use any other key value pair database if the data is dynamic in nature and it is very difficult to make it relational?

  • Different Not Automatically Implies Better

The first tool of choice is Process Explorer or even better Process Hacker (has more options and the best feature copy&paste does work). The three most important numbers of a process with regards to memory are Working Set, Private Working Set and Private Bytes. Working set is the currently consumed physical memory (parts can be shared between processes e.g. loaded dlls which are read only) Private Working Set is the physical memory needed by this process which is not shareable Private Bytes is the number of non shareable which is only visible in the current process (e.g. all new, malloc, VirtualAlloc calls do create private bytes) When you have a bigger workflow it can consume under 64 bit easily 500MB for a 1-2 MB xaml file. This does not look very scalable. Under 64 bit the issue is excessive private bytes consumption and not the managed heap. The picture is quite different for 32 bit which looks a bit strange but it seems that the hosted VB compiler is a lot less memory hungry under 32 bit. I did try to repro the issue with a medium sized xaml file (400KB) which does contain 1000 variables and 1000 if which can be represented by C# code like this: string Var1; string Var2; ... string Var1000; if (!String.IsNullOrEmpty(Var1) ) { Console.WriteLine(“Var1”); } if (!String.IsNullOrEmpty(Var2) ) { Console.WriteLine(“Var2”); } ....   Since WF is based on VB.NET expressions you are bound to the hosted VB.NET compiler which does result in (x64) 140 MB of private bytes which is ca. 140 KB for each if clause which is quite a lot if you think about the actually present functionality. But there is hope. .NET 4.5 does allow now C# expressions for WF which is a major step forward for all C# lovers. I did create some simple patcher to “cross compile” my xaml to C# expressions. Lets look at the result: C# Expressions VB Expressions x86 x86 On my home machine I have only 32 bit which gives you quite exactly half of the memory consumption under 64 bit. C# expressions are 10 times more memory hungry than VB.NET expressions! I wanted to do more with less memory but instead it did consume a magnitude more memory. That is surprising to say the least. The workflow does initialize in about the same time under x64 and x86 where the VB code does it in 2s whereas the C# version needs 18s. Also nearly ten times slower. That is a too high price to pay for any bigger sized xaml workflow to convert from VB.NET to C# expressions. If I do reduce the number of expressions to 500 then it does need 400MB which is about half of the memory. It seems that the cost per if does rise linear with the number of total expressions in a xaml workflow.  Expression Language Cost per IF Startup Time C# 1000 Ifs x64 1,5 MB 18s C# 500 Ifs x64 750 KB 9s VB 1000 Ifs x64 140 KB 2s VB 500 Ifs x64 70 KB 1s Now we can directly compare two MS implementations. It is clear that the VB.NET compiler uses the same underlying structure but it has much higher offset compared to the highly inefficient C# expression compiler. I have filed a connect bug here with a harsher wording about recent advances in memory consumption. The funniest thing is that one MS employee did give an Azure AppFabric demo around early 2011 which was so slow that he needed to investigate with xperf. He was after startup time and the call stacks with regards to VB.NET expression compilation were remarkably similar. In fact I only found this post by googling for parts of my call stacks. … “C# expressions will be coming soon to WF, and that will have different performance characteristics than VB” … What did he know Jan 2011 what I did no know until today? ;-). He knew that C# expression will come but that they will not be automatically have better footprint. It is about time to fix that. In its current state C# expressions are not usable for bigger workflows. That also explains the headline for today. You can cheat startup time by prestarting workflows so that the demo looks nice and snappy but it does hurt scalability a lot since you do need much more memory than necessary. I did find the stacks by enabling virtual allocation tracking within XPerf which is still the best tool out there. But first you need to look at your process to check where the memory is hiding: For the C# Expression compiler you do not need xperf. You can directly dump the managed heap and check with a profiler of your choice. But if the allocations are happening on the Private Data ( VirtualAlloc ) you can find it with xperf. There is a nice video on channel 9 explaining VirtualAlloc tracking it in greater detail. If your data allocations are on the Heap it does mean that the C/C++ runtime did create a heap for you where all malloc, new calls do allocate from it. You can enable heap tracing with xperf and full call stack support as well which is doable via xperf like it is shown also on channel 9. Or you can use WPRUI directly: To make “Heap Usage” it work you need to set for your executable the tracing flags (before you start it). For example devenv.exe HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Windows NT\CurrentVersion\Image File Execution Options\devenv.exe DWORD TracingFlags 1 Do not forget to disable it after you did complete profiling the process or it will impact the startup time quite a lot. You can with xperf attach directly to a running process and collect heap allocation information from a gone wild process. Very handy if you need to find out what a process was doing which has arrived in a funny state. “VirtualAlloc usage” does work without explicitly enabling stuff for a specific process and is always on machine wide. I had issues on my Windows 7 machines with the call stack collection and the latest Windows 8.1 Performance Toolkit. I was told that WPA from Windows 8.0 should work fine but I do not want to downgrade.

  • Gartner PCC Follow-up: Interview with Chaeny Emanavin, Usability Lead - Office of Information Develo

    Last week at the Gartner Portals, Content and Collaboration conference in Baltimore, Chaeny and I co-presented on Oracle Enterprise 2.0 and BIA's Citizen Portal. Chaeny's presentation about the BIA solution was very well received and I wanted to do a follow-up interview with Chaeny to discuss more details about their solution and its Enterprise 2.0 features. Ajay: What were the main objectives for the BIA Citizen Portal? Chaeny: The BIA Citizen Portal is designed to provide all the services of the Bureau of Indian Affairs to the community of 564 federally recognized tribes that include over 1.9 million American Indians and Alaska Natives. The BIA provides the same breadth of services that the entire U.S. Federal Government provides in one small Bureau. So, we needed a solution that was flexible enough to handle content ranging from law enforcement to housing to education. Key objectives for external users was to use the Web as a communications channel and keep them informed on what services are available. We also wanted to build an internal web presence and community for BIA's 5000 employees to ensure that they update their content, leverage internal experts and create single sources of truth for key policy documents. Ajay: How is the project being implemented? Chaeny: We are using a phased approach. In phases 1 & 2, interim internal and external sites were built to ensure usability and functional requirements are being met. In Phases 3 & 4, we built out a modern internal and external presence using Oracle WebCenter Suite and Oracle Universal Content Management (UCM), including enabling delegated content management for our internal business units. Phase 4 was completed in January 2010. Phase 5 will add deeper Enterprise 2.0 collaboration capabilities to the solution. Ajay: Are you integrating any existing sites into the new solution? Chaeny: Yes, we have a SharePoint implementation that we are using for document management. We needed more precise functionality however. We found that SharePoint would let individual administrators of a SharePoint site actually create new sites. In a 3 months span, we had over 200 new sites created and most were not being used. So, we had an enormous sprawl problem. Our requirements mandated increased governance and more granular control over the creation of sites and flexible user access to content. In SharePoint this required custom code and was very time-intensive which was unfeasible given our tight deadlines. We are piloting Oracle WebCenter Spaces as our collaboration solution to mitigate these issues. However, we must integrate our existing SharePoint investment which we can do easily by using the SharePoint connectors available in Oracle WebCenter and UCM. Ajay: What were the key design parameters for your solution? Chaeny: We wanted everything driven by standards and policies. We created a cross-functional steering group called the Indian Affairs Web Council to codify policies that were baked into the system. Other key design areas were focused on security/governance, self-service content management, ease of use, integration with legacy applications and seamless single sign-on. We are using Dublin Core as our metadata standard. We also are using Java, APEX, and ADF as our development standards. Ajay: Why was it important to standardize on a platform? Chaeny: We initially looked at best-of-breed solutions, but we faced a lot of issues getting the different solutions to work together. Going with an integrated solution was more economical, easier to learn and faster to deliver the solution. Ajay: What type of legacy applications are you integrating into the portal? Chaeny: Initially we are starting with administrative apps such as people directory and user admin and then we will integrate HR and Financial applications among others. Ajay: Can you describe some of the E20 collaboration features you are putting into the solution? Chaeny: We are adding Enterprise 2.0 using Oracle WebCenter Spaces to deliver different collaboration tools such as wikis, blogs and discussion forums. Wikis to create rapid, ad hoc monthly roll-up reports; discussion forums to provide context-specific help; blogs to capture tacit organization knowledge from experts, identify gurus and turn tacit knowledge into explicit knowledge. Ajay: Are you doing anything specifically to spur adoption and usage? Chaeny: Yes, we did several things that I think helped us ramp quickly. First, we met our commitments for the new system launch date and also provided extra resources for a customer support "hotline" during the launch period. Prior to launch, we did exhaustive usability studies to capture user requirements around functionality, navigation and other key interaction areas. We also created extensive training programs so that the content managers in each business unit were comfortable using the content management tools and knew the best practices for usage. Finally, to launch the Enterprise 2.0 collaboration capabilities, we are working with a pilot group from the Division of Forestry and Wildland Fire Management of BIA. This group of people in the past have been willing early adopters and they have a strong business need to collaborate with many agencies both internal and external across State, County and other Federal jurisdictions. Their feedback is key to helping us launch Enterprise 2.0 successfully in our broader organization. Ajay: What were the biggest benefits to internal BIA employees and to the external community of users? Chaeny: For our employees, the new Enterprise 2.0-based solution will make it easier to find information; enhance employee productivity by embedding standard business processes into the system and create more of a community by creating connections with experts via social collaboration to ultimately provide better services more quickly. For the external American Indian and Alaska Native communities, we have a better relationship with the users and the new site has improved BIA's perception as a more responsive and customer-centric organization.

  • SLK opens SCORM package as a ZIP file

    Symptom: After installing SharePoint Learning Kit successfully, (http://www.codeplex.com/SLK), everything works except that the SCORM package (a ZIP extension) is opening as a ZIP file instead of a course. You get the normal ZIP message "Do you want to open or save this file?" Problem: The package is zipped at the upper folder level and does not create a manifest that allows SharePoint to recognize it as a SCORM file instead of a ZIP file. Solution: Add the contents of the course to the ZIP, not the outer (uppermost) folder.  This creates a ZIP file that SharePoint can recognize as a SCORM package.

  • ASP.NET 4 Website Fails to Start on Your TFS 2010 Server?

    Getting a “Could not find permission set named ‘ASP.Net’” error on your TFS 2010 server? It may have to do with the fact you’re trying to run ASP.NET as a child site of a SharePoint Web Site. The problem is described in the “ASP.NET 4 braking changes” site:   This error occurs because the ASP.NET 4 code access security (CAS) infrastructure looks for a permission set named ASP.Net. However, the partial trust configuration file that is referenced by WSS_Minimal does not contain any permission sets with that name. Currently there is not a version of SharePoint available that is compatible with ASP.NET. As a result, you should not attempt to run an ASP.NET 4 Web site as a child site underneath SharePoint Web sites.   There is a workaround you could try by setting this in your web.config, if you know what you’re doing: <trust level="Full" originUrl="" />
