  • The Sensemaking Spectrum for Business Analytics: Translating from Data to Business Through Analysis

    One of the most compelling outcomes of our strategic research efforts over the past several years is a growing vocabulary that articulates our cumulative understanding of the deep structure of the domains of discovery and business analytics. Modes are one example of the deep structure we’ve found.  After looking at discovery activities across a very wide range of industries, question types, business needs, and problem solving approaches, we've identified distinct and recurring kinds of sensemaking activity, independent of context.  We label these activities Modes: Explore, compare, and comprehend are three of the nine recognizable modes.  Modes describe *how* people go about realizing insights.  (Read more about the programmatic research and formal academic grounding and discussion of the modes here: https://www.researchgate.net/publication/235971352_A_Taxonomy_of_Enterprise_Search_and_Discovery) By analogy to languages, modes are the 'verbs' of discovery activity.  When applied to the practical questions of product strategy and development, the modes of discovery allow one to identify what kinds of analytical activity a product, platform, or solution needs to support across a spread of usage scenarios, and then make concrete and well-informed decisions about every aspect of the solution, from high-level capabilities, to which specific types of information visualizations better enable these scenarios for the types of data users will analyze. The modes are a powerful generative tool for product making, but if you've spent time with young children, or had a really bad hangover (or both at the same time...), you understand the difficult of communicating using only verbs.  So I'm happy to share that we've found traction on another facet of the deep structure of discovery and business analytics.  Continuing the language analogy, we've identified some of the ‘nouns’ in the language of discovery: specifically, the consistently recurring aspects of a business that people are looking for insight into.  We call these discovery Subjects, since they identify *what* people focus on during discovery efforts, rather than *how* they go about discovery as with the Modes. Defining the collection of Subjects people repeatedly focus on allows us to understand and articulate sense making needs and activity in more specific, consistent, and complete fashion.  In combination with the Modes, we can use Subjects to concretely identify and define scenarios that describe people’s analytical needs and goals.  For example, a scenario such as ‘Explore [a Mode] the attrition rates [a Measure, one type of Subject] of our largest customers [Entities, another type of Subject] clearly captures the nature of the activity — exploration of trends vs. deep analysis of underlying factors — and the central focus — attrition rates for customers above a certain set of size criteria — from which follow many of the specifics needed to address this scenario in terms of data, analytical tools, and methods. We can also use Subjects to translate effectively between the different perspectives that shape discovery efforts, reducing ambiguity and increasing impact on both sides the perspective divide.  For example, from the language of business, which often motivates analytical work by asking questions in business terms, to the perspective of analysis.  The question posed to a Data Scientist or analyst may be something like “Why are sales of our new kinds of potato chips to our largest customers fluctuating unexpectedly this year?” or “Where can innovate, by expanding our product portfolio to meet unmet needs?”.  Analysts translate questions and beliefs like these into one or more empirical discovery efforts that more formally and granularly indicate the plan, methods, tools, and desired outcomes of analysis.  From the perspective of analysis this second question might become, “Which customer needs of type ‘A', identified and measured in terms of ‘B’, that are not directly or indirectly addressed by any of our current products, offer 'X' potential for ‘Y' positive return on the investment ‘Z' required to launch a new offering, in time frame ‘W’?  And how do these compare to each other?”.  Translation also happens from the perspective of analysis to the perspective of data; in terms of availability, quality, completeness, format, volume, etc. By implication, we are proposing that most working organizations — small and large, for profit and non-profit, domestic and international, and in the majority of industries — can be described for analytical purposes using this collection of Subjects.  This is a bold claim, but simplified articulation of complexity is one of the primary goals of sensemaking frameworks such as this one.  (And, yes, this is in fact a framework for making sense of sensemaking as a category of activity - but we’re not considering the recursive aspects of this exercise at the moment.) Compellingly, we can place the collection of subjects on a single continuum — we call it the Sensemaking Spectrum — that simply and coherently illustrates some of the most important relationships between the different types of Subjects, and also illuminates several of the fundamental dynamics shaping business analytics as a domain.  As a corollary, the Sensemaking Spectrum also suggests innovation opportunities for products and services related to business analytics. The first illustration below shows Subjects arrayed along the Sensemaking Spectrum; the second illustration presents examples of each kind of Subject.  Subjects appear in colors ranging from blue to reddish-orange, reflecting their place along the Spectrum, which indicates whether a Subject addresses more the viewpoint of systems and data (Data centric and blue), or people (User centric and orange).  This axis is shown explicitly above the Spectrum.  Annotations suggest how Subjects align with the three significant perspectives of Data, Analysis, and Business that shape business analytics activity.  This rendering makes explicit the translation and bridging function of Analysts as a role, and analysis as an activity. Subjects are best understood as fuzzy categories [http://georgelakoff.files.wordpress.com/2011/01/hedges-a-study-in-meaning-criteria-and-the-logic-of-fuzzy-concepts-journal-of-philosophical-logic-2-lakoff-19731.pdf], rather than tightly defined buckets.  For each Subject, we suggest some of the most common examples: Entities may be physical things such as named products, or locations (a building, or a city); they could be Concepts, such as satisfaction; or they could be Relationships between entities, such as the variety of possible connections that define linkage in social networks.  Likewise, Events may indicate a time and place in the dictionary sense; or they may be Transactions involving named entities; or take the form of Signals, such as ‘some Measure had some value at some time’ - what many enterprises understand as alerts.   The central story of the Spectrum is that though consumers of analytical insights (represented here by the Business perspective) need to work in terms of Subjects that are directly meaningful to their perspective — such as Themes, Plans, and Goals — the working realities of data (condition, structure, availability, completeness, cost) and the changing nature of most discovery efforts make direct engagement with source data in this fashion impossible.  Accordingly, business analytics as a domain is structured around the fundamental assumption that sense making depends on analytical transformation of data.  Analytical activity incrementally synthesizes more complex and larger scope Subjects from data in its starting condition, accumulating insight (and value) by moving through a progression of stages in which increasingly meaningful Subjects are iteratively synthesized from the data, and recombined with other Subjects.  The end goal of  ‘laddering’ successive transformations is to enable sense making from the business perspective, rather than the analytical perspective.Synthesis through laddering is typically accomplished by specialized Analysts using dedicated tools and methods. Beginning with some motivating question such as seeking opportunities to increase the efficiency (a Theme) of fulfillment processes to reach some level of profitability by the end of the year (Plan), Analysts will iteratively wrangle and transform source data Records, Values and Attributes into recognizable Entities, such as Products, that can be combined with Measures or other data into the Events (shipment of orders) that indicate the workings of the business.  More complex Subjects (to the right of the Spectrum) are composed of or make reference to less complex Subjects: a business Process such as Fulfillment will include Activities such as confirming, packing, and then shipping orders.  These Activities occur within or are conducted by organizational units such as teams of staff or partner firms (Networks), composed of Entities which are structured via Relationships, such as supplier and buyer.  The fulfillment process will involve other types of Entities, such as the products or services the business provides.  The success of the fulfillment process overall may be judged according to a sophisticated operating efficiency Model, which includes tiered Measures of business activity and health for the transactions and activities included.  All of this may be interpreted through an understanding of the operational domain of the businesses supply chain (a Domain).   We'll discuss the Spectrum in more depth in succeeding posts.

  • Not attending the LUGM mini-meetup - 05. Oct 2013

    Not attending a meeting of the LUGM can be fun, too. It's getting a bit of a habit that Ish is organising small gatherings, aka mini-meetups, of the Linux User Group Mauritius/Meta (LUGM) almost every Saturday. There they mainly discuss and talk about various elements of using Linux as ones main operating systems and the possibilities you are going to have. On top of course, some tips & tricks about mastering the command line and initial steps in scripting or even writing HTML. In general, sounds like a good portion of fun and great spirit of community. Unfortunately, I'm usually quite busy with private and family matters during the weekend and so I already signalised that I wouldn't be around. Well, at least not physically... But this Saturday a couple of things worked out faster than expected and so I was hanging out on my machine. I made virtual contact with one of Pawan's messages over on Facebook... And somehow that kicked off some kind of an online game fun on basic configuration of Apache HTTPd 2.2.x, PHP 5.x and how to improve the overall performance of a newly installed blog based on WordPress. Default configuration files Nitin's website finally came alive and despite the dark theme and the hidden Apple 'fanboy' advertisement I was more interested in the technical situation. As with any new installation there is usually quite some adjustment to be done. And Nitin's page was no exception. Unfortunately, out of the box installations of Apache httpd and PHP are too verbose and expose too much information under the hood. You might think that this isn't really a problem at all, well, think about it again after completely reading this article. First, I checked the HTTP response headers - using either Chrome Developer Tools or Firefox Web Developer extension - of Nitin's page and based on that I advised him to lower the noise levels a little bit. It's not really necessary that detailed information about web server software and scripting language has to be published in every response made. Quite a number of script kiddies and exploits actually check for version specifics prior to an attack. So, removing at least version details hardens the system a little bit. In particular, I'm talking about these response values: Server X-Powered-By How to achieve that? By tweaking the configuration files... Namely, we are going to look into the following ones: apache2.conf httpd.conf .htaccess php.ini The above list contains some additional files, I'm talking about in the next paragraphs. Anyway, those are the ones involved. Tweaking Apache Open your favourite text editor and start to modify the apache2.conf. Eventually, you might like to have a quick peak at the file to see whether it is necessary to adjust it or not. Following is a handy combination of commands to get an overview of your active directives: # sudo grep -v '#' /etc/apache2/apache2.conf | grep -v '^$' | less There you keep an eye on those two Apache directives: ServerSignature Off ServerTokens Prod If that's not the case, change them as highlighted above. In order to activate your modifications you have to restart Apache httpd server. On Debian and Ubuntu you might use apache2ctl for that, on other distributions you might have to use service or run the init-scripts again: # sudo apache2ctl configtestSyntax OK# sudo apache2ctl restart Refresh your website and check the HTTP response header. Tweaking PHP5 (a little bit) Next, check your php.ini file with the following statement: # sudo grep -v ';' /etc/php5/apache2/php.ini | grep -v '^$' | less And check the value of expose_php = Off Again, if it's not as highlighted, change it... Some more Apache love Okay, back to Apache it might also be interesting to improve the situation about browser caching and removing more obsolete information. When you run your website against the usual performance checks like Google Page Speed and Yahoo YSlow you might see those check points with bad grades on a standard, default configuration. Well, this can be done easily. Configure entity tags (ETags) ETags are only interesting when you run your websites on a farm of multiple web servers. Removing this data for your static resources is very simple in Apache. As we are going to deal with the HTTP response header information you have to ensure that Apache is capable to manipulate them. First, check your enabled modules: # sudo ls -al /etc/apache2/mods-enabled/ | grep headers And in case that the 'headers' module is not listed, you have to enable it from the available ones: # sudo a2enmod headers Second, check your httpd.conf file (in case it exists): # sudo grep -v '#' /etc/apache2/httpd.conf | grep -v '^$' | less In newer (better said fresh) installations you might have to create a new configuration file below your conf.d folder with your favourite text editor like so: # sudo nano /etc/apache2/conf.d/headers.conf Then, in order to tweak your HTTP responses either check for those lines or add them: Header unset ETagFileETag None In case that your file doesn't exist or those lines are missing, feel free to create/add them. Afterwards, check your Apache configuration syntax and restart your running instances as already shown above: # sudo apache2ctl configtestSyntax OK# sudo apache2ctl restart Add Expires headers To improve the loading performance of your website, you should take some care into the proper configuration of how to leverage the browser's ability to cache certain resources and files. This is done by adding an Expires: value to the HTTP response header. Generally speaking it is advised that you specify a near-future, read: 1 week or a little bit more, for your static content like JavaScript files or Cascading Style Sheets. One solution to adjust this is to put some instructions into the .htaccess file in the root folder of your web site. Of course, this could also be placed into a more generic location of your Apache installation but honestly, I'd like to keep this at the web site level. Following some adjustments I'm currently using on this blog site: # Turn on Expires and set default to 0ExpiresActive OnExpiresDefault A0 # Set up caching on media files for 1 year (forever?)<FilesMatch "\.(flv|ico|pdf|avi|mov|ppt|doc|mp3|wmv|wav)$">ExpiresDefault A29030400Header append Cache-Control "public"</FilesMatch> # Set up caching on media files for 1 week<FilesMatch "\.(js|css)$">ExpiresDefault A604800Header append Cache-Control "public"</FilesMatch> # Set up caching on media files for 31 days<FilesMatch "\.(gif|jpg|jpeg|png|swf)$">ExpiresDefault A2678400Header append Cache-Control "public"</FilesMatch> As we are editing the .htaccess files, it is not necessary to restart Apache. In case that your web site doesn't load anymore or you're experiencing an error while trying to restart your httpd, check that the 'expires' module is actually an enabled module: # ls -al /etc/apache2/mods-enabled/ | grep expires# sudo a2enmod expires Of course, the instructions above a re not feature complete but I hope that they might provide a better default configuration for your LAMP stack. Resume of the day Within a couple of hours, and while being occupied with an eLearning course on SQL Server 2012, I had some good fun in helping and assisting other LUGM members while they were some kilometers away at Bagatelle. According to other blog articles it seems that Nitin had quite some moments of desperation. Just for the records: At no time it was my intention to either kick his butt or pull a leg on him.   • General Policies and Procedures for Maintaining the Value of Data Assets

    Here is a general list for policies and procedures regarding maintaining the value of data assets. Data Backup Policies and Procedures Backups are very important when dealing with data because there is always the chance of losing data due to faulty hardware or a user activity. So the need for a strategic backup system should be mandatory for all companies. This being said, in the real world some companies that I have worked for do not really have a good data backup plan. Typically when companies tend to take this kind of approach in data backups usually the data is not really recoverable.  Unfortunately when companies do not regularly test their backup plans they get a false sense of security because they think that they are covered. However, I can tell you from personal and professional experience that a backup plan/system is never fully implemented until it is regularly tested prior to the time when it actually needs to be used. Disaster Recovery Plan Expanding on Backup Policies and Procedures, a company needs to also have a disaster recovery plan in order to protect its data in case of a catastrophic disaster.  Disaster recovery plans typically encompass how to restore all of a company’s data and infrastructure back to a restored operational status.  Most Disaster recovery plans also include time estimates on how long each step of the disaster recovery plan should take to be executed.  It is important to note that disaster recovery plans are never fully implemented until they have been tested just like backup plans. Disaster recovery plans should be tested regularly so that the business can be confident in not losing any or minimal data due to a catastrophic disaster. Firewall Policies and Content Filters One way companies can protect their data is by using a firewall to separate their internal network from the outside. Firewalls allow for enabling or disabling network access as data passes through it by applying various defined restrictions. Furthermore firewalls can also be used to prevent access from the internal network to the outside by these same factors. Common Firewall Restrictions Destination/Sender IP Address Destination/Sender Host Names Domain Names Network Ports Companies can also desire to restrict what their network user’s view on the internet through things like content filters. Content filters allow a company to track what webpages a person has accessed and can also restrict user’s access based on established rules set up in the content filter. This device and/or software can block access to domains or specific URLs based on a few factors. Common Content Filter Criteria Known malicious sites Specific Page Content Page Content Theme  Anti-Virus/Mal-ware Polices Fortunately, most companies utilize antivirus programs on all computers and servers for good reason, virus have been known to do the following: Corrupt/Invalidate Data, Destroy Data, and Steal Data. Anti-Virus applications are a great way to prevent any malicious application from being able to gain access to a company’s data.  However, anti-virus programs must be constantly updated because new viruses are always being created, and the anti-virus vendors need to distribute updates to their applications so that they can catch and remove them. Data Validation Policies and Procedures Data validation is very important to ensure that only accurate information is stored. The existence of invalid data can cause major problems when businesses attempt to use data for knowledge based decisions and for performance reporting. Data Scrubbing Policies and Procedures Data scrubbing is valuable to companies in one of two ways. The first can be used to clean data prior to being analyzed for report generation. The second is that it allows companies to remove things like personally Identifiable information from its data prior to transmit it between multiple environments or if the information is sent to an external location. An example of this can be seen with medical records in regards to HIPPA laws that prohibit the storage of specific personal and medical information. Additionally, I have professionally run in to a scenario where the Canadian government does not allow any Canadian’s personal information to be stored on a server not located in Canada. Encryption Practices The use of encryption is very valuable when a company needs to any personal information. This allows users with the appropriated access levels to view or confirm the existence or accuracy of data within a system by either decrypting the information or encrypting a piece of data and comparing it to the stored version.  Additionally, if for some unforeseen reason the data got in to the wrong hands then they would have to first decrypt the data before they could even be able to read it. Encryption just adds and additional layer of protection around data itself. Standard Normalization Practices The use of standard data normalization practices is very important when dealing with data because it can prevent allot of potential issues by eliminating the potential for unnecessary data duplication. Issues caused by data duplication include excess use of data storage, increased chance for invalidated data, and over use of data processing. Network and Database Security/Access Policies Every company has some form of network/data access policy even if they have none. These policies help secure data from being seen by inappropriate users along with preventing the data from being updated or deleted by users. In addition, without a good security policy there is a large potential for data to be corrupted by unassuming users or even stolen. Data Storage Policies Data storage polices are very important depending on how they are implemented especially when a company is trying to utilize them in conjunction with other policies like Data Backups. I have worked at companies where all network user folders are constantly backed up, and if a user wanted to ensure the existence of a piece of data in the form of a file then they had to store that file in their network folder. Conversely, I have also worked in places where when a user logs on or off of the network there entire user profile is backed up. Training Policies One of the biggest ways to prevent data loss and ensure that data will remain a company asset is through training. The practice of properly train employees on how to work with in systems that access data is crucial when trying to ensure a company’s data will remain an asset. Users need to be trained on how to manipulate a company’s data in order to perform their tasks to reduce the chances of invalidating data.

  • Rendering a Long Document on iPad

    I'm implementing a document viewer with highlighting/annotation capabilities for a custom document format on iPad. The documents are kind of long (100 to 200 pages, if printed on paper) and I've had a hard time finding the right approach. Here are the requirments: 1) Basic rich-text styling: control of left/right margins. Control of font name, size, foreground/background color, and line spacing. Bold, italics, underline, etc. 2) Selection and highlighting of arbitrary text regions (not limited to paragraph boundaries, like in Safari/UIWebView). 3) Customization of the Cut/Copy/Paste popup (what is that thing called anyhow? UIActionBar?) This is one of the essential requirements of the app. My first implementation was based on UIWebView. I just rendered the document as HTML with CSS for text styling. But I couldn't get the kind of text selection behavior I wanted (across paragraph boundaries) and the UIActionBar can't be customized from within UIWebView. So I started working on a javascript approach, faking the device text-selection behavior using JQuery to trap touch events and dynamically modifying the DOM to change the background color of selected regions of text. I built a fake UIActionBar control as a hidden DIV, positioning it and unhiding it whenever there was an active selection region. Not too shabby. The main problem is that it's SLOOOOOOOW. Scrolling through the document is nice and quick, but dynamically changing the DOM is not very snappy. Plus, I couldn't figure out how to recreate the magnifier loupe, so my fake text-selection GUI doesn't look quite the same as the native implementation. Also, I haven't yet implemented the communication bridge between the javascript layer and the objective-c layer (where the rest of the app lives), but it was shaping up to be a huge hassle. So I've been looking at CoreText, but there are precious few examples on the web. I spent a little time with this simple little demo: http://github.com/jonasschnelli/I7CoreTextExample/ It shows how to use CoreText to draw an NSAttributedText string into a UIView. But it has its own problems: It doesn't implement text-selection behavior, and it doesn't present a UIActionBar, so I don't have any idea how to make that happen. And, more importantly, it tries to draw the entire document all at once, with significant performance degradations for long documents. My documents can have thousands of paragraphs, and less than 1% of the document is ever on screen at a time. On the plus side, these documents already contain precise formatting information. I know the exact page-position of every line of text, so I don't need a layout engine. Does anyone know how to implement this sort of view using CoreText? I understand that a full-fledged implementation is overkill for a question like this, but I'm looking for a good CoreText example with a few basic requirements: 1) Precise layout & formatting control (using the formatting metrics and text styles I've already calculated). 2) Arbitrary selection of text. 3) Customization of the UIActionBar. 4) Efficient recycling of resources for off-screen objects. I'd be happy to implement my own recycling when text elements scroll off-screen, but wouldn't that require re-implementing UIScrollView? I'm brand-new to iPhone development, and still getting used to Objective-C, but I've been working in other languages (Java, C#, flex/actionscript, etc) for more than ten years, so I feel confident in my ability to get the work done, if only I had a better feel for the iPhone SDK and the common coding patterns for stuff like this. Is it just me, or does the SDK documentation really suck? Anyhow, thanks for your help!

  • Alcatel-Lucent: Enterprise 2.0: The Top 5 Things I would Do Over

    Happy Monday! Does anyone else feel as if the weekend went entirely too quickly? At least for those of us in the United States, we have the 4th of July Holiday next week to look forward to This week on the blog, we are going to focus on "WebCenter by Example" and highlight best practices from customers and partners. I recently came across this article and I think this is a great example of how we can learn from one another when it comes to social collaboration adoption. Do you agree with Jem? What things or best practices have you learned in your organizations?  By Jem Janik, Enterprise community manager, Alcatel-Lucent  Not so long ago, Engage, the Alcatel-Lucent employee social network and collaboration platform, celebrated its third birthday. With more than 25,000 members actively interacting each month, Engage has been a big enough success that it’s been the subject of external articles, and often those of us who helped launch it will go out and speak about what aspects contributed to that success. Hindsight is still 20/20 and what it takes to successfully launch an enterprise 2.0 community is fairly well-known now.  Today I want to tell you what I suspect you really want to know about.  As the enterprise community manager for Engage, after three years in, what are the top 5 things I wish we (and I mostly mean me) could do over? #5 Define your analytics solution from the start There is so much to do when you launch a community and initially growing it without complete chaos is quite a task.  It doesn’t take too long to get to a point where you want to focus your continued efforts in growing company collaboration.  Do people truly talk across regional boundaries or have we shifted siloed conversations to a new platform.  Is there one organization that doesn’t interact with another? If you are lucky you’ll have someone in your community team well versed in the world of databases and SQL queries, but it takes time to figure out what backend analytics data actually means. Professional support can be expensive and it may be hard to justify later as it typically has the community manager as the only main customer.  Figure out what you think you’ll want to know and how to get it early on. The sooner the better even if it doesn’t seem that critical at the time. #4 Lobbies guide you to the right places One piece of feedback that comes up more and more as we keep growing Engage is it’s hard to find stuff, or new people are not sure where to start. Something we’re doing now is defining some general topic areas of interest to be like “lobbies” into the platform and some common hashtags to go with them. I liken this to walking into a large medical or professional building for the first time.  There are hundreds of offices, and you look to a sign in the lobby to get guided to the right place for you.  We’re building that sign for members now, but again we missed the boat as the majority of the company has had their initial Engage experience. #3 Clean up, clean up, clean up Knowledge work and folksonomies are messy! The day we opened the doors to Engage I would have said we should keep everything ever created in Engage with an argument that it was a window into our collective knowledge so nothing should go.  Well, 6000+ groups and 200,000+ pieces of content later, I’ve changed my mind.  As previously mentioned, with too much “stuff” the system can be overwhelming to new members and it makes it harder to get what you’re looking for.   Do we need that help document about a tool we no longer have? NO!  Do we need that group that had 1 document and 2 discussions in the last two years? NO! Should we only have one group about a given topic instead of 4?  YES! Last fall, Engage defined a cleanup process for groups not used for a long time.  We also formed a volunteer cleaning army who are extra eyes on the hunt for “stuff” that should be updated, merged, or deleted.  It’s better late than never, but in line with what’s becoming a theme I wish these efforts had started earlier. #2 Communications & local community management One of the most important aspects of my job is to make sure people who should be talking to each other are actually doing it.  Connecting people to the other people they should know, the groups they should join, a piece of content that shouldn’t be missed.   I have worked both inside and outside of communications teams, and they are the best informed people in your company.  They know when something big is coming, how it impacts employees, how it fits with strategy, who else knows more, etc.  Having communications professionals who are power users can help scale up community management because they are already so well connected.  They also need to have the platform skills to pay attention without suffering email overload, how to grab someone’s attention, etc.  I wish I’d had figured this out much earlier.  If I had I would have groomed more communications colleagues into advocates and power members right at the start. #1 Grooming advocates vs. natural advocates I’ve just alluded to this above already. The very best advocates are those who naturally embrace your platform and automatically start to see new ways to work within it.  Those advocates seem to come out of the woodwork naturally since some of them are early adopters.  Not surprisingly, our best advocates today are those same people who were willing to come kick the tires when the community was completely empty.  Unfortunately, we didn’t get a global spread of those natural advocates.  I did ask around when we first launched for other people who might be good candidates, but didn’t push too hard as there were so many other things to get ready.  That was a mistake.  If I could get a redo I would have formally asked for people to be assigned where there were gaps and groomed them into an advocate.  Today as we find new advocates to fill the gaps, people are hesitant as the initial set has three years of practice are ahead of the curve power members; it definitely would have been easier earlier on. As fairly early adopters to corporate scale enterprise collaboration, there hasn’t been a roadmap to follow as we’ve grown Engage, which is part of the fun! It’s clear a lot of issues are more easily tackled the earlier you identify and begin to correct them, and I’ve identified the main five I wish I could redo.  In the spirit of collaboration, I hope someone else learns from my mistakes! For those who haven't started to build organisational capabilities to leverage it, it's fair to say you're late to the party. The good news: better late than never. Research firm eMarketer says the worldwide smartphone audience will total 1.75 billion this year, while communications technology and services provider Ericsson suggests smartphones will triple to 5.6 billion globally by 2019. It should be no surprise, smart phone adoption is reaching the farthest corners of the globe; the subsequent impact of enterprise applications enabled by these devices is driving business performance improvement and will continue to do so. Companies using advanced workforce analytics can add significantly to the bottom line, while impacting customer satisfaction, quality and productivity. It's a statement that makes most business leaders sit forward in their chairs. Achieving these three standards is like sipping The Golden Elixir for the business world. No-one would argue their importance. So what are 'advanced workforce analytics?' Simply, they're unprecedented access to workforce trends and performance markers. Many are made possible by a mobile world and the enterprise applications that come with it on smart devices. Some refer to it as 'the consumerisation of IT'. As this phenomenon has matured and become more widely appreciated it has impacted the spectrum of functional units within an enterprise differently, but powerfully. Whether it's sales, HR, marketing, IT, or operations, all have benefited from a more mobile approach. It has been the catalyst for improvement in, and management of, the employee experience. The net result of which is happier customers. The obvious benefits but the lesser realised impact Most people understand that mobility allows for greater efficiency and productivity, collaboration and flexibility, but how that translates into business outcomes within the various functional groups is lesser known. In actuality mobility has helped galvanise partnerships between cross-functional groups within the enterprise. Where in some quarters it was once feared mobility could fragment a workforce, its rallying cry of support is coming from what you might describe as an unlikely source - HR. As the bedrock of an enterprise, it is conceivable HR might contemplate the possible negative impact of a mobile workforce that no-longer sits in an office, at the same desks every day. After all, who would know what they were doing or saying? How would they collaborate? It's reasonable to see why HR might have a legitimate claim to try and retain as much 'perceived control' as possible. The reality however is mobility has emancipated human capital and its management. Mobility and enterprise applications are expediting decision making. Google calls it Zero Moment of Truth, or ZMOT. It enables smoother operation and can contribute to faster growth. From a collaborative perspective, with the growing use of enterprise social media, which in many cases is being driven by HR, workforce planning and the tangible impact of change is much easier to map. This in turn provides a platform from which individuals and teams can thrive. With more agility and ability to anticipate, staff satisfaction and retention is higher, and real time feedback constant. The management team can save time, energy and costs with more accurate data, which is then intelligently applied across the workforce to truly engage with staff, customers and partners. From a human capital management (HCM) perspective, mobility can help you close the loop on true talent management. It can enhance what managers can offer and what employees can provide in return. It can create nested relationships and powerful partnerships. IT and HR - partners and stewards of mobility One effect of enterprise mobility is an evolution in the nature of the relationship between HR and IT from one of service provision to partnership. The reason for the dynamic shift is largely due to the 'bring your own device' (BYOD) movement, which is transitioning to a 'bring your own application' (BYOA) scenario. As enterprise technology has in some ways reverse-engineered its solutions to help manage this situation, the partnership between IT (the functional owner) and HR (the strategic enabler) is deeply entrenched. And it has to be. The CIO and the HR leader are faced with compliance and regulatory issues and concerns around information security and personal privacy on a daily basis, complicated by global reach and varied domestic legislation. There are tens of thousands of new mobile apps entering the market each month and, unlike many consumer applications which get downloaded but are often never opened again after initial perusal, enterprise applications are being relied upon by functional groups, not least by HR to enhance people management. It requires a systematic approach across all applications in use within the enterprise in order to ensure they're used to best effect. No turning back, and no desire to With real time analytics on performance and the ability for immediate feedback, there is no turning back for managers. In my experience with Oracle, our customers' operational efficiency is at record levels. It's clear as a result of the combination of individual KPIs and organisational goals, CIOs have been able to give HR leaders the ability to build predictive models that feed into an enterprise organisations' evolving strategy. It also helps them ensure regulatory compliance much more easily. Once an arduous task, with mobile enabled automation and quality data, compliance is simpler. Their world has changed for the better. For the CIO, mobility also assists them to optimise performance. While it doesn't come without challenges, mobile-enabled applications and the native experience users have with them means employees don't need high-level technical expertise to train users. It reduces the training and engagement required from the IT team so they can focus on other things that deliver value to the bottom line; all the while lowering the cost of assets and related maintenance work by simplifying processes. Rewards of a mobile enterprise outweigh risks With mobile tools allowing us to increasingly integrate our personal and professional lives, terms like "office hours" are becoming irrelevant, so work/life balance is a cultural must. Enterprises are expected to offer tools that enable workers to access information from anywhere, at any time, from any device. Employees want simplicity and convenience but it doesn't stop at private enterprise. This is a societal shift. Governments, which traditionally have been known to be slower to adopt newer technology, are also offering support for local businesses to go mobile. Several state government websites have advice on how to create mobile apps and more. And as recently as last week the Victorian Minister for Technology Gordon Rich-Phillips unveiled his State government's ICT roadmap for the next two years, which details an increased use of the public cloud, as well as mobile communications, and improved access to online data-sets. Tech giants are investing significantly in solutions designed to simplify mobile deployment and enablement. The mobility trend is creating a wave of change in the industry and driving transformation in the enterprise.     Introduction Hi, I am going to ask a question which seems utopic for me, but I need to know if there is a way to achieve what I need. And if not, I need to know why not. The idea Suppose I have a database structure, in MySql. I want to create some solution to allow anyone (no matter who, no matter where) to have a synchronized copy (updated clone) of this database (with its content) Well, and it is not going to be just one synchronized copy, it could (and should) be a multiple replication (supposing the basic, this means, for example, ten copies all over the world) And, the most important thing: It must be secure. By secure I mean only real-accepted transactions will be synchronized with all the others (no matter how many) database copies/clones. Note: Since it would be quite difficult to make the synchronization in real-time, I will design everything to make this feature dispensable. So it is not required. My auto-suggestion This is how I am thinking to manage it: Time identifiers and Updates checking: Every action (insert, update, delete...) will be stored as the action instruction itself, associated to the time identifier. [I think better than a DATETIME field, it'll be an INT one, with the number of miliseconds passed from 1st january 2013 on, for example]. So each copy is going to ask to the "neighbour copy" for new actions done since last update, and execute them after checking they are allowed. Problem 1: the "neighbour copy" could be outdated too. Solution 1: do not ask just one neighbour, create a random list with some of the copies/clones and ask them for news (I could avoid the list and ask ALL the clones for updates, but this will be inefficient if clones number ascends too much). Problem 2: Real-time global synchronization is not active. What if... Someone at CLONE_ENTERPRISING inserts a row into TABLE. ... this row goes to every clone ... Someone at CLONE_FIXEMALL deletes this row. ... and at the same time, somewhere in an outdated clone ... Someone at CLONE_DROPOUT edits this row (now inexistent at the other clones) Solution 2: easy stuff, force a GLOBAL synchronization before doing any new "depending-on-third-data action" (edit, for example). This global synch. will be unnecessary when making an INSERT, for instance. Note: Well, someone could have some fun, and make the same insert in two clones... since they're not getting updated in real-time, this row will exist twice. But, it's the same as when we have one single database, in some needed cases we check if there is an existing same-row before doing the final action. Not a problem. Problem 3: It is possible to edit the code and do not filter actions, so someone could spread instructions to delete everything, or just make some trolling activity. This is not a problem, since good clones will always be somewhere. Those who got bad won't interest anymore. I really appreciate if you read. I know this is not the perfect solution, it has possibly hundred of holes, but it is my basic start. I will now appreciate anything you can teach me now. Thanks a lot.   • Database Migration Scripts: Getting from place A to place B

    We’ll be looking at a typical database ‘migration’ script which uses an unusual technique to migrate existing ‘de-normalised’ data into a more correct form. So, the book-distribution business that uses the PUBS database has gradually grown organically, and has slipped into ‘de-normalisation’ habits. What’s this? A new column with a list of tags or ‘types’ assigned to books. Because books aren’t really in just one category, someone has ‘cured’ the mismatch between the database and the business requirements. This is fine, but it is now proving difficult for their new website that allows searches by tags. Any request for history book really has to look in the entire list of associated tags rather than the ‘Type’ field that only keeps the primary tag. We have other problems. The TypleList column has duplicates in there which will be affecting the reporting, and there is the danger of mis-spellings getting there. The reporting system can’t be persuaded to do reports based on the tags and the Database developers are complaining about the unCoddly things going on in their database. We’ve even put in a check to prevent it being re-run once the new tables are created. Here is the diagram of the new tag relationship We’ve done both the DDL to create the tables and their associated components, and the DML to put the data in them. I could have also included the script to remove the de-normalised TypeList column, but I’d do a whole lot of tests first before doing that. Yes, I’ve left out the assertion tests too, which should check the edge cases and make sure the result is what you’d expect. One thing I can’t quite figure out is how to deal with an ordered list using this simple XML-based technique. We can ensure that, if we have to produce a list of tags, we can get the primary ‘type’ to be first in the list, but what if the entire order is significant? Thank goodness it isn’t in this case. If it were, we might have to revisit a string-splitter function that returns the ordinal position of each component in the sequence. You’ll see immediately that we can create a synchronisation script for deployment from a comparison tool such as SQL Compare, to change the schema (DDL). On the other hand, no tool could do the DML to stuff the data into the new table, since there is no way that any tool will be able to work out where the data should go. We used some pretty hairy code to deal with a slightly untypical problem. We would have to do this migration by hand, and it has to go into source control as a batch. If most of your database changes are to be deployed by an automated process, then there must be a way of over-riding this part of the data synchronisation process to do this part of the process taking the part of the script that fills the tables, Checking that the tables have not already been filled, and executing it as part of the transaction. Of course, you might prefer the approach I’ve taken with the script of creating the tables in the same batch as the data conversion process, and then using the presence of the tables to prevent the script from being re-run. The problem with scripting a refactoring change to a database is that it has to work both ways. If we install the new system and then have to rollback the changes, several books may have been added, or had their tags changed, in the meantime. Yes, you have to script any rollback! These have to be mercilessly tested, and put in source control just in case of the rollback of a deployment after it has been in place for any length of time. So, we’ve improved the database for the poor book distributors using PUBS. It is not a major deal but you’ve got to be prepared to provide a migration script that will go both forwards and backwards. Ideally, database refactoring scripts should be able to go from any version to any other. Schema synchronization scripts can do this pretty easily, but no data synchronisation scripts can deal with serious refactoring jobs without the developers being able to specify how to deal with cases like this.

  • Load balancing using Mina example with Java DSL

    So, recently I started learning Camel. As part of the process I decided to go through all the examples (listed HERE and available when you DOWNLOAD the package with all the examples and docs) and to see what I could learn. One of the examples, Load Balancing using Mina caught my attention because it uses a Mina in different JVM's and it simulates a load balancer with round robin. I have a few problems with this example. First it uses the Spring DSL, instead of the Java DSL which my project uses and which I find a lot easier to understand now (mainly also because I am used to it). So the first question: is there a version of this example using only the Java DSL instead of the Spring DSL for the routes and the beans? My second questions is code related. The description states, and I quote: Within this demo every ten seconds, a Report object is created from the Camel load balancer server. This object is sent by the Camel load balancer to a MINA server where the object is then serialized. One of the two MINA servers (localhost:9991 and localhost:9992) receives the object and enriches the message by setting the field reply of the Report object. The reply is sent back by the MINA server to the client, which then logs the reply on the console. So, from what I read, I understand that the MINA server 1 (per example) receives a report from the loadbalancer, changes it, and then it sends that report back to some invisible client. Upon checking the code, I see no client java class or XML and when I run, the server simply posts the results on the command line. Where is the client ?? What is this client? What if I wanted to send message to a third MINA server? How would I do it? (I would have to add a new route, and send it to the URI of the 3rd server correct?)     I am a bit of a noob with Linux. Several months ago I updated to Ubuntu 12.04, then stopped using Ubuntu for a while for a variety of reasons. Now I would like to go back to it, but I have a couple of problems. For one thing, the Software Center will simply not load. I click on the icon, the program comes up, but it never loads, and when I close it I get a "window not responding" message.   • Java EE 7 Survey Results!

    On November 8th, the Java EE EG posted a survey to gather broad community feedback on a number of critical open issues. For reference, you can find the original survey here. We kept the survey open for about three weeks until November 30th. To our delight, over 1100 developers took time out of their busy lives to let their voices be heard! The results of the survey were sent to the EG on December 12th. The subsequent EG discussion is available here. The exact summary sent to the EG is available here. We would like to take this opportunity to thank each and every one the individuals who took the survey. It is very appreciated, encouraging and worth it's weight in gold. In particular, I tried to capture just some of the high-quality, intelligent, thoughtful and professional comments in the summary to the EG. I highly encourage you to continue to stay involved, perhaps through the Adopt-a-JSR program. We would also like to sincerely thank java.net, JavaLobby, TSS and InfoQ for helping spread the word about the survey. Below is a brief summary of the results... APIs to Add to Java EE 7 Full/Web Profile The first question asked which of the four new candidate APIs (WebSocket, JSON-P, JBatch and JCache) should be added to the Java EE 7 Full and Web profile respectively. As the following graph shows, there was significant support for adding all the new APIs to the full profile: Support is relatively the weakest for Batch 1.0, but still good. A lot of folks saw WebSocket 1.0 as a critical technology with comments such as this one: "A modern web application needs Web Sockets as first class citizens" While it is clearly seen as being important, a number of commenters expressed dissatisfaction with the lack of a higher-level JSON data binding API as illustrated by this comment: "How come we don't have a Data Binding API for JSON" JCache was also seen as being very important as expressed with comments like: "JCache should really be that foundational technology on which other specs have no fear to depend on" The results for the Web Profile is not surprising. While there is strong support for adding WebSocket 1.0 and JSON-P 1.0 to the Web Profile, support for adding JCache 1.0 and Batch 1.0 is relatively weak. There was actually significant opposition to adding Batch 1. 0 (with 51.8% casting a 'No' vote). Enabling CDI by Default The second question asked was whether CDI should be enabled in Java EE environments by default. A significant majority of 73.3% developers supported enabling CDI, only 13.8% opposed. Comments such as these two reflect a strong general support for CDI as well as a desire for better Java EE alignment with CDI: "CDI makes Java EE quite valuable!" "Would prefer to unify EJB, CDI and JSF lifecycles" There is, however, a palpable concern around the performance impact of enabling CDI by default as exemplified by this comment: "Java EE projects in most cases use CDI, hence it is sensible to enable CDI by default when creating a Java EE application. However, there are several issues if CDI is enabled by default: scanning can be slow - not all libs use CDI (hence, scanning is not needed)" Another significant concern appears to be around backwards compatibility and conflict with other JSR 330 implementations like Spring: "I am leaning towards yes, however can easily imagine situations where errors would be caused by automatically activating CDI, especially in cases of backward compatibility where another DI engine (such as Spring and the like) happens to use the same mechanics to inject dependencies and in that case there would be an overlap in injections and probably an uncertain outcome" Some commenters such as this one attempt to suggest solutions to these potential issues: "If you have Spring in use and use javax.inject.Inject then you might get some unexpected behavior that could be equally confusing. I guess there will be a way to switch CDI off. I'm tempted to say yes but am cautious for this reason" Consistent Usage of @Inject The third question was around using CDI/JSR 330 @Inject consistently vs. allowing JSRs to create their own injection annotations. A slight majority of 53.3% developers supported using @Inject consistently across JSRs. 28.8% said using custom injection annotations is OK, while 18.0% were not sure. The vast majority of commenters were strongly supportive of CDI and general Java EE alignment with CDI as illistrated by these comments: "Dependency Injection should be standard from now on in EE. It should use CDI as that is the DI mechanism in EE and is quite powerful. Having a new JSR specific DI mechanism to deal with just means more reflection, more proxies. JSRs should also be constructed to allow some of their objects Injectable. @Inject @TransactionalCache or @Inject @JMXBean etc...they should define the annotations and stereotypes to make their code less procedural. Dog food it. If there is a shortcoming in CDI for a JSR fix it and we will all be grateful" "We're trying to make this a comprehensive platform, right? Injection should be a fundamental part of the platform; everything else should build on the same common infrastructure. Each-having-their-own is just a recipe for chaos and having to learn the same thing 10 different ways" Expanding the Use of @Stereotype The fourth question was about expanding CDI @Stereotype to cover annotations across Java EE beyond just CDI. A significant majority of 62.3% developers supported expanding the use of @Stereotype, only 13.3% opposed. A majority of commenters supported the idea as well as the theme of general CDI/Java EE alignment as expressed in these examples: "Just like defining new types for (compositions of) existing classes, stereotypes can help make software development easier" "This is especially important if many EJB services are decoupled from the EJB component model and can be applied via individual annotations to Java EE components. @Stateless is a nicely compact annotation. Code will not improve if that will have to be applied in the future as @Transactional, @Pooled, @Secured, @Singlethreaded, @...." Some, however, expressed concerns around increased complexity such as this commenter: "Could be very convenient, but I'm afraid if it wouldn't make some important class annotations less visible" Expanding Interceptor Use The final set of questions was about expanding interceptors further across Java EE... A very solid 96.3% of developers wanted to expand interceptor use to all Java EE components. 35.7% even wanted to expand interceptors to other Java EE managed classes. Most developers (54.9%) were not sure if there is any place that injection is supported that should not support interceptors. 32.8% thought any place that supports injection should also support interceptors. Only 12.2% were certain that there are places where injection should be supported but not interceptors. The comments reflected the diversity of opinions, generally supportive of interceptors: "I think interceptors are as fundamental as injection and should be available anywhere in the platform" "The whole usage of interceptors still needs to take hold in Java programming, but it is a powerful technology that needs some time in the Sun. Basically it should become part of Java SE, maybe the next step after lambas?"   • What version-control system is most trivial to set up and use for toy projects?

    I teach the third required intro course in a CS department. One of my homework assignments asks students to speed up code they have written for a previous assignment. Factor-of-ten speedups are routine; factors of 100 or 1000 are not unheard of. (For a factor of 1000 speedup you have to have made rookie mistakes with malloc().) Programs are improved by a sequence is small changes. I ask students to record and describe each change and the resulting improvement. While you're improving a program it is also possible to break it. Wouldn't it be nice to back out? You can see where I'm going with this: my students would benefit enormously from version control. But there are some caveats: Our computing environment is locked down. Anything that depends on a central repository is suspect. Our students are incredibly overloaded. Not just classes but jobs, sports, music, you name it. For them to use a new tool it has to be incredibly easy and have obvious benefits. Our students do most work in pairs. Getting bits back and forth between accounts is problematic. Could this problem also be solved by distributed version control? Complexity is the enemy. I know setting up a CVS repository is too baffling---I myself still have trouble because I only do it once a year. I'm told SVN is even harder. Here are my comments on existing systems: I think central version control (CVS or SVN) is ruled out because our students don't have the administrative privileges needed to make a repository that they can share with one other student. (We are stuck with Unix file permissions.) Also, setup on CVS or SVN is too hard. darcs is way easy to set up, but it's not obvious how you share things. darcs send (to send patches by email) seems promising but it's not clear how to set it up. The introductory documentation for git is not for beginners. Like CVS setup, it's something I myself have trouble with. I'm soliciting suggestions for what source-control to use with beginning students. I suspect we can find resources to put a thin veneer over an existing system and to simplify existing documentation. We probably don't have resources to write new documentation. So, what's really easy to setup, commit, revert, and share changes with a partner but does not have to be easy to merge or to work at scale? A key constraint is that programming pairs have to be able to share work with each other and only each other, and pairs change every week. Our infrastructure is Linux, Solaris, and Windows with a netapp filer. I doubt my IT staff wants to create a Unix group for each pair of students. Is there an easier solution I've overlooked?   • Fastest way to pad a number in Java to a certain number of digits

    Am trying to create a well-optimised bit of code to create number of X-digits in length (where X is read from a runtime properties file), based on a DB-generated sequence number (Y), which is then used a folder-name when saving a file. I've come up with three ideas so far, the fastest of which is the last one, but I'd appreciate any advice people may have on this... 1) Instantiate a StringBuilder with initial capacity X. Append Y. While length < X, insert a zero at pos zero. 2) Instantiate a StringBuilder with initial capacity X. While length < X, append a zero. Create a DecimalFormat based on StringBuilder value, and then format the number when it's needed. 3) Create a new int of Math.pow( 10, X ) and add Y. Use String.valueOf() on the new number and then substring(1) it. The second one can obviously be split into outside-loop and inside-loop sections. So, any tips? Using a for-loop of 10,000 iterations, I'm getting similar timings from the first two, and the third method is approximately ten-times faster. Does this seem correct?   • Generating strongly biased radom numbers for tests

    I want to run tests with randomized inputs and need to generate 'sensible' random numbers, that is, numbers that match good enough to pass the tested function's preconditions, but hopefully wreak havoc deeper inside its code. math.random() (I'm using Lua) produces uniformly distributed random numbers. Scaling these up will give far more big numbers than small numbers, and there will be very few integers. I would like to skew the random numbers (or generate new ones using the old function as a randomness source) in a way that strongly favors 'simple' numbers, but will still cover the whole range, I.e. extending up to positive/negative infinity (or ±1e309 for double). This means: numbers up to, say, ten should be most common, integers should be more common than fractions, numbers ending in 0.5 should be the most common fractions, followed by 0.25 and 0.75; then 0.125, and so on. A different description: Fix a base probability x such that probabilities will sum to one and define the probability of a number n as xk where k is the generation in which n is constructed as a surreal number1. That assigns x to 0, x2 to -1 and +1, x3 to -2, -1/2, +1/2 and +2, and so on. This gives a nice description of something close to what I want (it skews a bit too much), but is near-unusable for computing random numbers. The resulting distribution is nowhere continuous (it's fractal!), I'm not sure how to determine the base probability x (I think for infinite precision it would be zero), and computing numbers based on this by iteration is awfully slow (spending near-infinite time to construct large numbers). Does anyone know of a simple approximation that, given a uniformly distributed randomness source, produces random numbers very roughly distributed as described above? I would like to run thousands of randomized tests, quantity/speed is more important than quality. Still, better numbers mean less inputs get rejected. Lua has a JIT, so performance can't be reasonably predicted. Jumps based on randomness will break every prediction, and many calls to math.random() will be slow, too. This means a closed formula will be better than an iterative or recursive one. 1 Wikipedia has an article on surreal numbers, with a nice picture. A surreal number is a pair of two surreal numbers, i.e. x := {n|m}, and its value is the number in the middle of the pair, i.e. (for finite numbers) {n|m} = (n+m)/2 (as rational). If one side of the pair is empty, that's interpreted as increment (or decrement, if right is empty) by one. If both sides are empty, that's zero. Initially, there are no numbers, so the only number one can build is 0 := { | }. In generation two one can build numbers {0| } =: 1 and { |0} =: -1, in three we get {1| } =: 2, {|1} =: -2, {0|1} =: 1/2 and {-1|0} =: -1/2 (plus some more complex representations of known numbers, e.g. {-1|1} ? 0). Note that e.g. 1/3 is never generated by finite numbers because it is an infinite fraction – the same goes for floats, 1/3 is never represented exactly.

  • HTG Reviews the CODE Keyboard: Old School Construction Meets Modern Amenities

    There’s nothing quite as satisfying as the smooth and crisp action of a well built keyboard. If you’re tired of  mushy keys and cheap feeling keyboards, a well-constructed mechanical keyboard is a welcome respite from the $10 keyboard that came with your computer. Read on as we put the CODE mechanical keyboard through the paces. What is the CODE Keyboard? The CODE keyboard is a collaboration between manufacturer WASD Keyboards and Jeff Atwood of Coding Horror (the guy behind the Stack Exchange network and Discourse forum software). Atwood’s focus was incorporating the best of traditional mechanical keyboards and the best of modern keyboard usability improvements. In his own words: The world is awash in terrible, crappy, no name how-cheap-can-we-make-it keyboards. There are a few dozen better mechanical keyboard options out there. I’ve owned and used at least six different expensive mechanical keyboards, but I wasn’t satisfied with any of them, either: they didn’t have backlighting, were ugly, had terrible design, or were missing basic functions like media keys. That’s why I originally contacted Weyman Kwong of WASD Keyboards way back in early 2012. I told him that the state of keyboards was unacceptable to me as a geek, and I proposed a partnership wherein I was willing to work with him to do whatever it takes to produce a truly great mechanical keyboard. Even the ardent skeptic who questions whether Atwood has indeed created a truly great mechanical keyboard certainly can’t argue with the position he starts from: there are so many agonizingly crappy keyboards out there. Even worse, in our opinion, is that unless you’re a typist of a certain vintage there’s a good chance you’ve never actually typed on a really nice keyboard. Those that didn’t start using computers until the mid-to-late 1990s most likely have always typed on modern mushy-key keyboards and never known the joy of typing on a really responsive and crisp mechanical keyboard. Is our preference for and love of mechanical keyboards shining through here? Good. We’re not even going to try and hide it. So where does the CODE keyboard stack up in pantheon of keyboards? Read on as we walk you through the simple setup and our experience using the CODE. Setting Up the CODE Keyboard Although the setup of the CODE keyboard is essentially plug and play, there are two distinct setup steps that you likely haven’t had to perform on a previous keyboard. Both highlight the degree of care put into the keyboard and the amount of customization available. Inside the box you’ll find the keyboard, a micro USB cable, a USB-to-PS2 adapter, and a tool which you may be unfamiliar with: a key puller. We’ll return to the key puller in a moment. Unlike the majority of keyboards on the market, the cord isn’t permanently affixed to the keyboard. What does this mean for you? Aside from the obvious need to plug it in yourself, it makes it dead simple to repair your own keyboard cord if it gets attacked by a pet, mangled in a mechanism on your desk, or otherwise damaged. It also makes it easy to take advantage of the cable routing channels in on the underside of the keyboard to  route your cable exactly where you want it. While we’re staring at the underside of the keyboard, check out those beefy rubber feet. By peripherals standards they’re huge (and there is six instead of the usual four). Once you plunk the keyboard down where you want it, it might as well be glued down the rubber feet work so well. After you’ve secured the cable and adjusted it to your liking, there is one more task  before plug the keyboard into the computer. On the bottom left-hand side of the keyboard, you’ll find a small recess in the plastic with some dip switches inside: The dip switches are there to switch hardware functions for various operating systems, keyboard layouts, and to enable/disable function keys. By toggling the dip switches you can change the keyboard from QWERTY mode to Dvorak mode and Colemak mode, the two most popular alternative keyboard configurations. You can also use the switches to enable Mac-functionality (for Command/Option keys). One of our favorite little toggles is the SW3 dip switch: you can disable the Caps Lock key; goodbye accidentally pressing Caps when you mean to press Shift. You can review the entire dip switch configuration chart here. The quick-start for Windows users is simple: double check that all the switches are in the off position (as seen in the photo above) and then simply toggle SW6 on to enable the media and backlighting function keys (this turns the menu key on the keyboard into a function key as typically found on laptop keyboards). After adjusting the dip switches to your liking, plug the keyboard into an open USB port on your computer (or into your PS/2 port using the included adapter). Design, Layout, and Backlighting The CODE keyboard comes in two flavors, a traditional 87-key layout (no number pad) and a traditional 104-key layout (number pad on the right hand side). We identify the layout as traditional because, despite some modern trapping and sneaky shortcuts, the actual form factor of the keyboard from the shape of the keys to the spacing and position is as classic as it comes. You won’t have to learn a new keyboard layout and spend weeks conditioning yourself to a smaller than normal backspace key or a PgUp/PgDn pair in an unconventional location. Just because the keyboard is very conventional in layout, however, doesn’t mean you’ll be missing modern amenities like media-control keys. The following additional functions are hidden in the F11, F12, Pause button, and the 2×6 grid formed by the Insert and Delete rows: keyboard illumination brightness, keyboard illumination on/off, mute, and then the typical play/pause, forward/backward, stop, and volume +/- in Insert and Delete rows, respectively. While we weren’t sure what we’d think of the function-key system at first (especially after retiring a Microsoft Sidewinder keyboard with a huge and easily accessible volume knob on it), it took less than a day for us to adapt to using the Fn key, located next to the right Ctrl key, to adjust our media playback on the fly. Keyboard backlighting is a largely hit-or-miss undertaking but the CODE keyboard nails it. Not only does it have pleasant and easily adjustable through-the-keys lighting but the key switches the keys themselves are attached to are mounted to a steel plate with white paint. Enough of the light reflects off the interior cavity of the keys and then diffuses across the white plate to provide nice even illumination in between the keys. Highlighting the steel plate beneath the keys brings us to the actual construction of the keyboard. It’s rock solid. The 87-key model, the one we tested, is 2.0 pounds. The 104-key is nearly a half pound heavier at 2.42 pounds. Between the steel plate, the extra-thick PCB board beneath the steel plate, and the thick ABS plastic housing, the keyboard has very solid feel to it. Combine that heft with the previously mentioned thick rubber feet and you have a tank-like keyboard that won’t budge a millimeter during normal use. Examining The Keys This is the section of the review the hardcore typists and keyboard ninjas have been waiting for. We’ve looked at the layout of the keyboard, we’ve looked at the general construction of it, but what about the actual keys? There are a wide variety of keyboard construction techniques but the vast majority of modern keyboards use a rubber-dome construction. The key is floated in a plastic frame over a rubber membrane that has a little rubber dome for each key. The press of the physical key compresses the rubber dome downwards and a little bit of conductive material on the inside of the dome’s apex connects with the circuit board. Despite the near ubiquity of the design, many people dislike it. The principal complaint is that dome keyboards require a complete compression to register a keystroke; keyboard designers and enthusiasts refer to this as “bottoming out”. In other words, the register the “b” key, you need to completely press that key down. As such it slows you down and requires additional pressure and movement that, over the course of tens of thousands of keystrokes, adds up to a whole lot of wasted time and fatigue. The CODE keyboard features key switches manufactured by Cherry, a company that has manufactured key switches since the 1960s. Specifically the CODE features Cherry MX Clear switches. These switches feature the same classic design of the other Cherry switches (such as the MX Blue and Brown switch lineups) but they are significantly quieter (yes this is a mechanical keyboard, but no, your neighbors won’t think you’re firing off a machine gun) as they lack the audible click found in most Cherry switches. This isn’t to say that they keyboard doesn’t have a nice audible key press sound when the key is fully depressed, but that the key mechanism isn’t doesn’t create a loud click sound when triggered. One of the great features of the Cherry MX clear is a tactile “bump” that indicates the key has been compressed enough to register the stroke. For touch typists the very subtle tactile feedback is a great indicator that you can move on to the next stroke and provides a welcome speed boost. Even if you’re not trying to break any word-per-minute records, that little bump when pressing the key is satisfying. The Cherry key switches, in addition to providing a much more pleasant typing experience, are also significantly more durable than dome-style key switch. Rubber dome switch membrane keyboards are typically rated for 5-10 million contacts whereas the Cherry mechanical switches are rated for 50 million contacts. You’d have to write the next War and Peace  and follow that up with A Tale of Two Cities: Zombie Edition, and then turn around and transcribe them both into a dozen different languages to even begin putting a tiny dent in the lifecycle of this keyboard. So what do the switches look like under the classicly styled keys? You can take a look yourself with the included key puller. Slide the loop between the keys and then gently beneath the key you wish to remove: Wiggle the key puller gently back and forth while exerting a gentle upward pressure to pop the key off; You can repeat the process for every key, if you ever find yourself needing to extract piles of cat hair, Cheeto dust, or other foreign objects from your keyboard. There it is, the naked switch, the source of that wonderful crisp action with the tactile bump on each keystroke. The last feature worthy of a mention is the N-key rollover functionality of the keyboard. This is a feature you simply won’t find on non-mechanical keyboards and even gaming keyboards typically only have any sort of key roller on the high-frequency keys like WASD. So what is N-key rollover and why do you care? On a typical mass-produced rubber-dome keyboard you cannot simultaneously press more than two keys as the third one doesn’t register. PS/2 keyboards allow for unlimited rollover (in other words you can’t out type the keyboard as all of your keystrokes, no matter how fast, will register); if you use the CODE keyboard with the PS/2 adapter you gain this ability. If you don’t use the PS/2 adapter and use the native USB, you still get 6-key rollover (and the CTRL, ALT, and SHIFT don’t count towards the 6) so realistically you still won’t be able to out type the computer as even the more finger twisting keyboard combos and high speed typing will still fall well within the 6-key rollover. The rollover absolutely doesn’t matter if you’re a slow hunt-and-peck typist, but if you’ve read this far into a keyboard review there’s a good chance that you’re a serious typist and that kind of quality construction and high-number key rollover is a fantastic feature.  The Good, The Bad, and the Verdict We’ve put the CODE keyboard through the paces, we’ve played games with it, typed articles with it, left lengthy comments on Reddit, and otherwise used and abused it like we would any other keyboard. The Good: The construction is rock solid. In an emergency, we’re confident we could use the keyboard as a blunt weapon (and then resume using it later in the day with no ill effect on the keyboard). The Cherry switches are an absolute pleasure to type on; the Clear variety found in the CODE keyboard offer a really nice middle-ground between the gun-shot clack of a louder mechanical switch and the quietness of a lesser-quality dome keyboard without sacrificing quality. Touch typists will love the subtle tactile bump feedback. Dip switch system makes it very easy for users on different systems and with different keyboard layout needs to switch between operating system and keyboard layouts. If you’re investing a chunk of change in a keyboard it’s nice to know you can take it with you to a different operating system or “upgrade” it to a new layout if you decide to take up Dvorak-style typing. The backlighting is perfect. You can adjust it from a barely-visible glow to a blazing light-up-the-room brightness. Whatever your intesity preference, the white-coated steel backplate does a great job diffusing the light between the keys. You can easily remove the keys for cleaning (or to rearrange the letters to support a new keyboard layout). The weight of the unit combined with the extra thick rubber feet keep it planted exactly where you place it on the desk. The Bad: While you’re getting your money’s worth, the $150 price tag is a shock when compared to the $20-60 price tags you find on lower-end keyboards. People used to large dedicated media keys independent of the traditional key layout (such as the large buttons and volume controls found on many modern keyboards) might be off put by the Fn-key style media controls on the CODE. The Verdict: The keyboard is clearly and heavily influenced by the needs of serious typists. Whether you’re a programmer, transcriptionist, or just somebody that wants to leave the lengthiest article comments the Internet has ever seen, the CODE keyboard offers a rock solid typing experience. Yes, $150 isn’t pocket change, but the quality of the CODE keyboard is so high and the typing experience is so enjoyable, you’re easily getting ten times the value you’d get out of purchasing a lesser keyboard. Even compared to other mechanical keyboards on the market, like the Das Keyboard, you’re still getting more for your money as other mechanical keyboards don’t come with the lovely-to-type-on Cherry MX Clear switches, back lighting, and hardware-based operating system keyboard layout switching. If it’s in your budget to upgrade your keyboard (especially if you’ve been slogging along with a low-end rubber-dome keyboard) there’s no good reason to not pickup a CODE keyboard.   • Working with PivotTables in Excel

    PivotTables are one of the most powerful features of Microsoft Excel.  They allow large amounts of data to be analyzed and summarized in just a few mouse clicks. In this article, we explore PivotTables, understand what they are, and learn how to create and customize them. Note:  This article is written using Excel 2010 (Beta).  The concept of a PivotTable has changed little over the years, but the method of creating one has changed in nearly every iteration of Excel.  If you are using a version of Excel that is not 2010, expect different screens from the ones you see in this article. A Little History In the early days of spreadsheet programs, Lotus 1-2-3 ruled the roost.  Its dominance was so complete that people thought it was a waste of time for Microsoft to bother developing their own spreadsheet software (Excel) to compete with Lotus.  Flash-forward to 2010, and Excel’s dominance of the spreadsheet market is greater than Lotus’s ever was, while the number of users still running Lotus 1-2-3 is approaching zero.  How did this happen?  What caused such a dramatic reversal of fortunes? Industry analysts put it down to two factors:  Firstly, Lotus decided that this fancy new GUI platform called “Windows” was a passing fad that would never take off.  They declined to create a Windows version of Lotus 1-2-3 (for a few years, anyway), predicting that their DOS version of the software was all anyone would ever need.  Microsoft, naturally, developed Excel exclusively for Windows.  Secondly, Microsoft developed a feature for Excel that Lotus didn’t provide in 1-2-3, namely PivotTables.  The PivotTables feature, exclusive to Excel, was deemed so staggeringly useful that people were willing to learn an entire new software package (Excel) rather than stick with a program (1-2-3) that didn’t have it.  This one feature, along with the misjudgment of the success of Windows, was the death-knell for Lotus 1-2-3, and the beginning of the success of Microsoft Excel. Understanding PivotTables So what is a PivotTable, exactly? Put simply, a PivotTable is a summary of some data, created to allow easy analysis of said data.  But unlike a manually created summary, Excel PivotTables are interactive.  Once you have created one, you can easily change it if it doesn’t offer the exact insights into your data that you were hoping for.  In a couple of clicks the summary can be “pivoted” – rotated in such a way that the column headings become row headings, and vice versa.  There’s a lot more that can be done, too.  Rather than try to describe all the features of PivotTables, we’ll simply demonstrate them… The data that you analyze using a PivotTable can’t be just any data – it has to be raw data, previously unprocessed (unsummarized) – typically a list of some sort.  An example of this might be the list of sales transactions in a company for the past six months. Examine the data shown below: Notice that this is not raw data.  In fact, it is already a summary of some sort.  In cell B3 we can see $30,000, which apparently is the total of James Cook’s sales for the month of January.  So where is the raw data?  How did we arrive at the figure of $30,000?  Where is the original list of sales transactions that this figure was generated from?  It’s clear that somewhere, someone must have gone to the trouble of collating all of the sales transactions for the past six months into the summary we see above.  How long do you suppose this took?  An hour?  Ten?  Probably. If we were to track down the original list of sales transactions, it might look something like this: You may be surprised to learn that, using the PivotTable feature of Excel, we can create a monthly sales summary similar to the one above in a few seconds, with only a few mouse clicks.  We can do this – and a lot more too! How to Create a PivotTable First, ensure that you have some raw data in a worksheet in Excel.  A list of financial transactions is typical, but it can be a list of just about anything:  Employee contact details, your CD collection, or fuel consumption figures for your company’s fleet of cars. So we start Excel… …and we load such a list… Once we have the list open in Excel, we’re ready to start creating the PivotTable. Click on any one single cell within the list: Then, from the Insert tab, click the PivotTable icon: The Create PivotTable box appears, asking you two questions:  What data should your new PivotTable be based on, and where should it be created?  Because we already clicked on a cell within the list (in the step above), the entire list surrounding that cell is already selected for us ($A$1:$G$88 on the Payments sheet, in this example).  Note that we could select a list in any other region of any other worksheet, or even some external data source, such as an Access database table, or even a MS-SQL Server database table.  We also need to select whether we want our new PivotTable to be created on a new worksheet, or on an existing one.  In this example we will select a new one: The new worksheet is created for us, and a blank PivotTable is created on that worksheet: Another box also appears:  The PivotTable Field List.  This field list will be shown whenever we click on any cell within the PivotTable (above): The list of fields in the top part of the box is actually the collection of column headings from the original raw data worksheet.  The four blank boxes in the lower part of the screen allow us to choose the way we would like our PivotTable to summarize the raw data.  So far, there is nothing in those boxes, so the PivotTable is blank.  All we need to do is drag fields down from the list above and drop them in the lower boxes.  A PivotTable is then automatically created to match our instructions.  If we get it wrong, we only need to drag the fields back to where they came from and/or drag new fields down to replace them. The Values box is arguably the most important of the four.  The field that is dragged into this box represents the data that needs to be summarized in some way (by summing, averaging, finding the maximum, minimum, etc).  It is almost always numerical data.  A perfect candidate for this box in our sample data is the “Amount” field/column.  Let’s drag that field into the Values box: Notice that (a) the “Amount” field in the list of fields is now ticked, and “Sum of Amount” has been added to the Values box, indicating that the amount column has been summed. If we examine the PivotTable itself, we indeed find the sum of all the “Amount” values from the raw data worksheet: We’ve created our first PivotTable!  Handy, but not particularly impressive.  It’s likely that we need a little more insight into our data than that. Referring to our sample data, we need to identify one or more column headings that we could conceivably use to split this total.  For example, we may decide that we would like to see a summary of our data where we have a row heading for each of the different salespersons in our company, and a total for each.  To achieve this, all we need to do is to drag the “Salesperson” field into the Row Labels box: Now, finally, things start to get interesting!  Our PivotTable starts to take shape….   With a couple of clicks we have created a table that would have taken a long time to do manually. So what else can we do?  Well, in one sense our PivotTable is complete.  We’ve created a useful summary of our source data.  The important stuff is already learned!  For the rest of the article, we will examine some ways that more complex PivotTables can be created, and ways that those PivotTables can be customized. First, we can create a two-dimensional table.  Let’s do that by using “Payment Method” as a column heading.  Simply drag the “Payment Method” heading to the Column Labels box: Which looks like this: Starting to get very cool! Let’s make it a three-dimensional table.  What could such a table possibly look like?  Well, let’s see… Drag the “Package” column/heading to the Report Filter box: Notice where it ends up…. This allows us to filter our report based on which “holiday package” was being purchased.  For example, we can see the breakdown of salesperson vs payment method for all packages, or, with a couple of clicks, change it to show the same breakdown for the “Sunseekers” package: And so, if you think about it the right way, our PivotTable is now three-dimensional.  Let’s keep customizing… If it turns out, say, that we only want to see cheque and credit card transactions (i.e. no cash transactions), then we can deselect the “Cash” item from the column headings.  Click the drop-down arrow next to Column Labels, and untick “Cash”: Let’s see what that looks like…As you can see, “Cash” is gone. Formatting This is obviously a very powerful system, but so far the results look very plain and boring.  For a start, the numbers that we’re summing do not look like dollar amounts – just plain old numbers.  Let’s rectify that. A temptation might be to do what we’re used to doing in such circumstances and simply select the whole table (or the whole worksheet) and use the standard number formatting buttons on the toolbar to complete the formatting.  The problem with that approach is that if you ever change the structure of the PivotTable in the future (which is 99% likely), then those number formats will be lost.  We need a way that will make them (semi-)permanent. First, we locate the “Sum of Amount” entry in the Values box, and click on it.  A menu appears.  We select Value Field Settings… from the menu: The Value Field Settings box appears. Click the Number Format button, and the standard Format Cells box appears: From the Category list, select (say) Accounting, and drop the number of decimal places to 0.  Click OK a few times to get back to the PivotTable… As you can see, the numbers have been correctly formatted as dollar amounts. While we’re on the subject of formatting, let’s format the entire PivotTable.  There are a few ways to do this.  Let’s use a simple one… Click the PivotTable Tools/Design tab: Then drop down the arrow in the bottom-right of the PivotTable Styles list to see a vast collection of built-in styles: Choose any one that appeals, and look at the result in your PivotTable:   Other Options We can work with dates as well.  Now usually, there are many, many dates in a transaction list such as the one we started with.  But Excel provides the option to group data items together by day, week, month, year, etc.  Let’s see how this is done. First, let’s remove the “Payment Method” column from the Column Labels box (simply drag it back up to the field list), and replace it with the “Date Booked” column: As you can see, this makes our PivotTable instantly useless, giving us one column for each date that a transaction occurred on – a very wide table! To fix this, right-click on any date and select Group… from the context-menu: The grouping box appears.  We select Months and click OK: Voila!  A much more useful table: (Incidentally, this table is virtually identical to the one shown at the beginning of this article – the original sales summary that was created manually.) Another cool thing to be aware of is that you can have more than one set of row headings (or column headings): …which looks like this…. You can do a similar thing with column headings (or even report filters). Keeping things simple again, let’s see how to plot averaged values, rather than summed values. First, click on “Sum of Amount”, and select Value Field Settings… from the context-menu that appears: In the Summarize value field by list in the Value Field Settings box, select Average: While we’re here, let’s change the Custom Name, from “Average of Amount” to something a little more concise.  Type in something like “Avg”: Click OK, and see what it looks like.  Notice that all the values change from summed totals to averages, and the table title (top-left cell) has changed to “Avg”: If we like, we can even have sums, averages and counts (counts = how many sales there were) all on the same PivotTable! Here are the steps to get something like that in place (starting from a blank PivotTable): Drag “Salesperson” into the Column Labels Drag “Amount” field down into the Values box three times For the first “Amount” field, change its custom name to “Total” and it’s number format to Accounting (0 decimal places) For the second “Amount” field, change its custom name to “Average”, its function to Average and it’s number format to Accounting (0 decimal places) For the third “Amount” field, change its name to “Count” and its function to Count Drag the automatically created field from Column Labels to Row Labels Here’s what we end up with: Total, average and count on the same PivotTable! Conclusion There are many, many more features and options for PivotTables created by Microsoft Excel – far too many to list in an article like this.  To fully cover the potential of PivotTables, a small book (or a large website) would be required.  Brave and/or geeky readers can explore PivotTables further quite easily:  Simply right-click on just about everything, and see what options become available to you.  There are also the two ribbon-tabs: PivotTable Tools/Options and Design.  It doesn’t matter if you make a mistake – it’s easy to delete the PivotTable and start again – a possibility old DOS users of Lotus 1-2-3 never had.   • Project Management Helps AmeriCares Deliver International Aid

    Excerpt from PROFIT - ORACLE - by Alison Weiss Handle with Care Sound project management helps AmeriCares bring international aid to those in need. The stakes are always high for AmeriCares. On a mission to restore health and save lives during times of disaster, the nonprofit international relief and humanitarian aid organization delivers donated medicines, medical supplies, and humanitarian aid to people in the U.S. and around the globe. Founded in 1982 with the express mission of responding as quickly and efficiently as possible to help people in need, the Stamford, Connecticut-based AmeriCares has delivered more than US$10.5 billion in aid to 147 countries over the past three decades. Launch the Slideshow “It’s critically important to us that we steward all the donations and that the medical supplies and medicines get to people as quickly as possible with no loss,” says Kate Sears, senior vice president for finance and technology at AmeriCares. “Whether we’re shipping IV solutions to victims of cholera in Haiti or antibiotics to Somali famine victims, we need to get the medicines there sooner because it means more people will be helped and lives improved or even saved.” Ten years ago, the tracking systems used by AmeriCares associates were paper-based. In recent years, staff started using spreadsheets, but the tracking processes were not standardized between teams. “Every team was tracking completely different information,” says Megan McDermott, senior associate, Sub-Saharan Africa partnerships, at AmeriCares. “It was just a few key things. For example, we tracked the date a shipment was supposed to arrive and the date we got reports from our partner that a hospital received aid on their end.” While the data was accurate, much detail was being lost in the process. AmeriCares management knew it could do a better job of tracking this enterprise data and in 2011 took a significant step by implementing Oracle’s Primavera P6 Professional Project Management. “It’s a comprehensive solution that has helped us improve the monitoring and controlling processes. It has allowed us to do our distribution better,” says Sears. In addition, the implementation effort has been a change agent, helping AmeriCares leadership rethink project management across the entire organization. Initially, much of the focus was on standardizing processes, but staff members also learned the importance of thinking proactively to prevent possible problems and evaluating results to determine if goals and objectives are truly being met. Such data about process efficiency and overall results is critical not only to AmeriCares staff but also to the donors supporting the organization’s life-saving missions. Efficiency Saves Lives One of AmeriCares’ core operations is to gather product donations from the private sector, establish where the most-urgent needs are, and solicit monetary support to send the aid via ocean cargo or airlift to welfare- and health-oriented nongovernmental organizations, hospitals, health networks, and government ministries based in areas in need. In 2011 alone, AmeriCares sent more than 3,500 shipments to 95 countries in response to both ongoing humanitarian needs and more than two dozen emergencies, including deadly tornadoes and storms in the U.S. and the devastating tsunami in Japan. When it comes to nonprofits in general, donors want to know that the charitable organizations they support are using funds wisely. Typically, nonprofits are evaluated by donors in terms of efficiency, an area where AmeriCares has an excellent reputation: 98 percent of expenses go directly to supporting programs and less than 2 percent represent administrative and fundraising costs. Donors, however, should look at more than simple efficiency, says Peter York, senior partner and chief research and learning officer at TCC Group, a nonprofit consultancy headquartered in New York, New York. They should also look at whether organizations have the systems in place to sustain their missions and continue to thrive. An expert on nonprofit organizational management, York has spent years studying sustainable charitable organizations. He defines them as nonprofits that are able to achieve the ongoing financial support to stay relevant and continue doing core mission work. In his analysis of well over 2,500 larger nonprofits, York has found that many are not sustaining, and are actually scaling back in size. “One of the biggest challenges of nonprofit sustainability is the general public’s perception that every dollar donated has to go only to the delivery of service,” says York. “What our data shows is that there are some fundamental capacities that have to be there in order for organizations to sustain and grow.” York’s research highlights the importance of data-driven leadership at successful nonprofits. “You’ve got to have the tools, the systems, and the technologies to get objective information on what you do, the people you serve, and the results you’re achieving,” says York. “If leaders don’t have the knowledge and the data, they can’t make the strategic decisions about programs to take organizations to the next level.” Historically, AmeriCares associates have used time-tested and cost-effective strategies to ship and then track supplies from donation to delivery to their destinations in designated time frames. When disaster strikes, AmeriCares ships by air and generally pulls out all the stops to deliver the most urgently needed aid within the first few days and weeks. Then, as situations stabilize, AmeriCares turns to delivering sea containers for the postemergency and ongoing aid so often needed over the long term. According to McDermott, getting a shipment out the door is fairly complicated, requiring as many as five different AmeriCares teams collaborating together. The entire process can take months—from when products are received in the warehouse and deciding which recipients to allocate supplies to, to getting customs and governmental approvals in place, actually shipping products, and finally ensuring that the products are received in-country. Delivering that aid is no small affair. “Our volume exceeds half a billion dollars a year worth of donated medicines and medical supplies, so it’s a sizable logistical operation to bring these products in and get them out to the right place quickly to have the most impact,” says Sears. “We really pride ourselves on our controls and efficiencies.” Adding to that complexity is the fact that the longer it takes to deliver aid, the more dire the human need can be. Any time AmeriCares associates can shave off the complicated aid delivery process can translate into lives saved. “It’s really being able to track information consistently that will help us to see where are the bottlenecks and where can we work on improving our processes,” says McDermott. Setting a Standard Productivity and information management improvements were key objectives for AmeriCares when staff began the process of implementing Oracle’s Primavera solution. But before configuring the software, the staff needed to take the time to analyze the systems already in place. According to Greg Loop, manager of database systems at AmeriCares, the organization received guidance from several consultants, including Rich D’Addario, consulting project manager in the Primavera Global Business Unit at Oracle, who was instrumental in shepherding the critical requirements-gathering phase. D’Addario encouraged staff to begin documenting shipping processes by considering the order in which activities occur and which ones are dependent on others to get accomplished. This exercise helped everyone realize that to be more efficient, they needed to keep track of shipments in a more standard way. “The staff didn’t recognize formal project management methodology,” says D’Addario. “But they did understand what the most important things are and that if they go wrong, an entire project can go off course.” Before, if a boatload of supplies was being sent to Haiti and there was a problem somewhere, a lot of time was taken up finding out where the problem was—because staff was not tracking things in a standard way. As a result, even more time was needed to find possible solutions to the problem and alert recipients that the aid might be delayed. “For everyone to put on the project manager hat and standardize the way every single thing is done means that now the whole organization is on the same page as to what needs to occur from the time a hurricane hits Haiti and when a boat pulls in to unload supplies,” says D’Addario. With so much care taken to put a process foundation firmly in place, configuring the Primavera solution was actually quite simple. Specific templates were set up for different types of shipments, and dashboards were implemented to provide executives with clear overviews of every project in the system. AmeriCares’ Loop reports that system planning, refining, and testing, followed by writing up documentation and training, took approximately four months. The system went live in spring 2011 at AmeriCares’ Connecticut headquarters. While the nonprofit has an international presence, with warehouses in Europe and offices in Haiti, India, Japan, and Sri Lanka, most donated medicines come from U.S. entities and are shipped from the U.S. out to the rest of the world. In addition, all shipments are tracked from the U.S. office. AmeriCares doesn’t expect the Primavera system to take months off the shipping time, especially for sea containers. However, any time saved is still important because it will allow aid to be delivered to people more quickly at a lower overall cost. “If we can trim a day or two here or there, that can translate into lives that we’re saving, especially in emergency situations,” says Sears. A Cultural Change Beyond the measurable benefits that come with IT-driven process improvement, AmeriCares management is seeing a change in culture as a result of the Primavera project. One change has been treating every shipment of aid as a project, and everyone involved with facilitating shipments as a project manager. “This is a revolutionary concept for us,” says McDermott. “Before, we were used to thinking we were doing logistics—getting a container from point A to point B without looking at it as one project and really understanding what it meant to manage it.” AmeriCares staff is also happy to report that collaboration within the organization is much more efficient. When someone creates a shipment in the Primavera system, the same shared template is used, which means anyone can log in to the system to see the status of a shipment. Knowledgeable staff can access a shipment project to help troubleshoot a problem. Management can easily check the status of projects across the organization. “Dashboards are really useful,” says McDermott. “Instead of going into the details of each project, you can just see the high-level real-time information at a glance.” The new system is helping team members focus on proactively managing shipments rather than simply reacting when problems occur. For example, when a container is shipped, documents must be included for customs clearance. Now, the shipping template has built-in reminders to prompt team members to ask for copies of these documents from freight forwarders and to follow up with partners to discover if a shipment is on time. In the past, staff may not have worked on securing these documents until they’d been notified a shipment had arrived in-country. Another benefit of capturing and adopting best practices within the Primavera system is that staff training is easier. “Capturing the processes in documented steps and milestones allows us to teach new staff members how to do their jobs faster,” says Sears. “It provides them with the knowledge of their predecessors so they don’t have to keep reinventing the wheel.” With the Primavera system already generating positive results, management is eager to take advantage of advanced capabilities. Loop is working on integrating the company’s proprietary inventory management system with the Primavera system so that when logistics or warehousing operators input data, the information will automatically go into the Primavera system. In the past, this information had to be manually keyed into spreadsheets, often leading to errors. Mining Historical Data Another feature on the horizon for AmeriCares is utilizing Primavera P6 Professional Project Management reporting capabilities. As the system begins to include more historical data, management soon will be able to draw on this information to conduct analysis that has not been possible before and create customized reports. For example, at the beginning of the shipment process, staff will be able to use historical data to more accurately estimate how long the approval process should take for a particular country. This could help ensure that food and medicine with limited shelf lives do not get stuck in customs or used beyond their expiration dates. The historical data in the Primavera system will also help AmeriCares with better planning year to year. The nonprofit’s staff has always put together a plan at the beginning of the year, but this has been very challenging simply because it is impossible to predict disasters. Now, management will be able to look at historical data and see trends and statistics as they set current objectives and prepare for future need. In addition, this historical data will provide AmeriCares management with the ability to review year-end data and compare actual project results with goals set at the beginning of the year—to see if desired outcomes were achieved and if there are areas that need improvement. It’s this type of information that is so valuable to donors. And, according to York, project management software can play a critical role in generating the data to help nonprofits sustain and grow. “It is important to invest in systems to help replicate, expand, and deliver services,” says York. “Project management software can help because it encourages nonprofits to examine program or service changes and how to manage moving forward.” Sears believes that AmeriCares donors will support the return on investment the organization will achieve with the Primavera solution. “It won’t be financial returns, but rather how many more people we can help for a given dollar or how much more quickly we can respond to a need,” says Sears. “I think donors are receptive to such arguments.” And for AmeriCares, it is all about the future and increasing results. The project management environment currently may be quite simple, but IT staff plans to expand the complexity and functionality as the organization grows in its knowledge of project management and the goals it wants to achieve. “As we use the system over time, we’ll continue to refine our best practices and accumulate more data,” says Sears. “It will advance our ability to make better data-driven decisions.”

  • Down Tools Week Cometh: Kissing Goodbye to CVs/Resumes and Cover Letters

    I haven't blogged about what I'm doing in my (not so new) temporary role as Red Gate's technical recruiter, mostly because it's been routine, business as usual stuff, and because I've been trying to understand the role by doing it. I think now though the time has come to get a little more radical, so I'm going to tell you why I want to largely eliminate CVs/resumes and cover letters from the application process for some of our technical roles, and why I think that might be a good thing for candidates (and for us). I have a terrible confession to make, or at least it's a terrible confession for a recruiter: I don't really like CV sifting, or reading cover letters, and, unless I've misread the mood around here, neither does anybody else. It's dull, it's time-consuming, and it's somewhat soul destroying because, when all is said and done, you're being paid to be incredibly judgemental about people based on relatively little information. I feel like I've dirtied myself by saying that - I mean, after all, it's a core part of my job - but it sucks, it really does. (And, of course, the truth is I'm still a software engineer at heart, and I'm always looking for ways to do things better.) On the flip side, I've never met anyone who likes writing their CV. It takes hours and hours of faffing around and massaging it into shape, and the whole process is beset by a gnawing anxiety, frustration, and insecurity. All you really want is a chance to demonstrate your skills - not just talk about them - and how do you do that in a CV or cover letter? Often the best candidates will include samples of their work (a portfolio, screenshots, links to websites, product downloads, etc.), but sometimes this isn't possible, or may not be appropriate, or you just don't think you're allowed because of what your school/university careers service has told you (more commonly an issue with grads, obviously). And what are we actually trying to find out about people with all of this? I think the common criteria are actually pretty basic: Smart Gets things done (thanks for these two Joel) Not an a55hole* (sorry, have to get around Simple Talk's swear filter - and thanks to Professor Robert I. Sutton for this one) *Of course, everyone has off days, and I don't honestly think we're too worried about somebody being a bit grumpy every now and again. We can do a bit better than this in the context of the roles I'm talking about: we can be more specific about what "gets things done" means, at least in part. For software engineers and interns, the non-exhaustive meaning of "gets things done" is: Excellent coder For test engineers, the non-exhaustive meaning of "gets things done" is: Good at finding problems in software Competent coder Team player, etc., to me, are covered by "not an a55hole". I don't expect people to be the life and soul of the party, or a wild extrovert - that's not what team player means, and it's not what "not an a55hole" means. Some of our best technical staff are quiet, introverted types, but they're still pleasant to work with. My problem is that I don't think the initial sift really helps us find out whether people are smart and get things done with any great efficacy. It's better than nothing, for sure, but it's not as good as it could be. It's also contentious, and potentially unfair/inequitable - if you want to get an idea of what I mean by this, check out the background information section at the bottom. Before I go any further, let's look at the Red Gate recruitment process for technical staff* as it stands now: (LOTS of) People apply for jobs. All these applications go through a brutal process of manual sifting, which eliminates between 75 and 90% of them, depending upon the role, and the time of year**. Depending upon the role, those who pass the sift will be sent an assessment or telescreened. For the purposes of this blog post I'm only interested in those that are sent some sort of programming assessment, or bug hunt. This means software engineers, test engineers, and software interns, which are the roles for which I receive the most applications. The telescreen tends to be reserved for project or product managers. Those that pass the assessment are invited in for first interview. This interview is mostly about assessing their technical skills***, although we're obviously on the look out for cultural fit red flags as well. If the first interview goes well we'll invite candidates back for a second interview. This is where team/cultural fit is really scoped out. We also use this interview to dive more deeply into certain areas of their skillset, and explore any concerns that may have come out of the first interview (these obviously won't have been serious or obvious enough to cause a rejection at that point, but are things we do need to look into before we'd consider making an offer). We might subsequently invite them in for lunch before we make them an offer. This tends to happen when we're recruiting somebody for a specific team and we'd like them to meet all the people they'll be working with directly. It's not an interview per se, but can prove pivotal if they don't gel with the team. Anyone who's made it this far will receive an offer from us. *We have a slightly quirky definition of "technical staff" as it relates to the technical recruiter role here. It includes software engineers, test engineers, software interns, user experience specialists, technical authors, project managers, product managers, and development managers, but does not include product support or information systems roles. **For example, the quality of graduate applicants overall noticeably drops as the academic year wears on, which is not to say that by now there aren't still stars in there, just that they're fewer and further between. ***Some organisations prefer to assess for team fit first, but I think assessing technical skills is a more effective initial filter - if they're the nicest person in the world, but can't cut a line of code they're not going to work out. Now, as I suggested in the title, Red Gate's Down Tools Week is upon us once again - next week in fact - and I had proposed as a project that we refactor and automate the first stage of marking our programming assessments. Marking assessments, and in fact organising the marking of them, is a somewhat time-consuming process, and we receive many assessment solutions that just don't make the cut, for whatever reason. Whilst I don't think it's possible to fully automate marking, I do think it ought to be possible to run a suite of automated tests over each candidate's solution to see whether or not it behaves correctly and, if it does, move on to a manual stage where we examine the code for structure, decomposition, style, readability, maintainability, etc. Obviously it's possible to use tools to generate potentially helpful metrics for some of these indices as well. This would obviously reduce the marking workload, and would provide candidates with quicker feedback about whether they've been successful - though I do wonder if waiting a tactful interval before sending a (nicely written) rejection might be wise. I duly scrawled out a picture of my ideal process, which looked like this: The problem is, as soon as I'd roughed it out, I realised that fundamentally it wasn't an ideal process at all, which explained the gnawing feeling of cognitive dissonance I'd been wrestling with all week, whilst I'd been trying to find time to do this. Here's what I mean. Automated assessment marking, and the associated infrastructure around that, makes it much easier for us to deal with large numbers of assessments. This means we can be much more permissive about who we send assessments out to or, in other words, we can give more candidates the opportunity to really demonstrate their skills to us. And this leads to a question: why not give everyone the opportunity to demonstrate their skills, to show that they're smart and can get things done? (Two or three of us even discussed this in the down tools week hustings earlier this week.) And isn't this a lot simpler than the alternative we'd been considering? (FYI, this was automated CV/cover letter sifting by some form of textual analysis to ideally eliminate the worst 50% or so of applications based on an analysis of the 20,000 or so historical applications we've received since 2007 - definitely not the basic keyword analysis beloved of recruitment agencies, since this would eliminate hardly anyone who was awful, but definitely would eliminate stellar Oxbridge candidates - #fail - or some nightmarishly complex Google-like system where we profile all our currently employees, only to realise that we're never going to get representative results because we don't have a statistically significant sample size in any given role - also #fail.) No, I think the new way is better. We let people self-select. We make them the masters (or mistresses) of their own destiny. We give applicants the power - we put their fate in their hands - by giving them the chance to demonstrate their skills, which is what they really want anyway, instead of requiring that they spend hours and hours creating a CV and cover letter that I'm going to evaluate for suitability, and make a value judgement about, in approximately 1 minute (give or take). It doesn't matter what university you attended, it doesn't matter if you had a bad year when you took your A-levels - here's your chance to shine, so take it and run with it. (As a side benefit, we cut the number of applications we have to sift by something like two thirds.) WIN! OK, yeah, sounds good, but will it actually work? That's an excellent question. My gut feeling is yes, and I'll justify why below (and hopefully have gone some way towards doing that above as well), but what I'm proposing here is really that we run an experiment for a period of time - probably a couple of months or so - and measure the outcomes we see: How many people apply? (Wouldn't be surprised or alarmed to see this cut by a factor of ten.) How many of them submit a good assessment? (More/less than at present?) How much overhead is there for us in dealing with these assessments compared to now? What are the success and failure rates at each interview stage compared to now? How many people are we hiring at the end of it compared to now? I think it'll work because I hypothesize that, amongst other things: It self-selects for people who really want to work at Red Gate which, at the moment, is something I have to try and assess based on their CV and cover letter - but if you're not that bothered about working here, why would you complete the assessment? Candidates who would submit a shoddy application probably won't feel motivated to do the assessment. Candidates who would demonstrate good attention to detail in their CV/cover letter will demonstrate good attention to detail in the assessment. In general, only the better candidates will complete and submit the assessment. Marking assessments is much less work so we'll be able to deal with any increase that we see (hopefully we will see). There are obviously other questions as well: Is plagiarism going to be a problem? Is there any way we can detect/discourage potential plagiarism? How do we assess candidates' education and experience? What about their ability to communicate in writing? Do we still want them to submit a CV afterwards if they pass assessment? Do we want to offer them the opportunity to tell us a bit about why they'd like the job when they submit their assessment? How does this affect our relationship with recruitment agencies we might use to hire for these roles? So, what's the objective for next week's Down Tools Week? Pretty simple really - we want to implement this process for the Graduate Software Engineer and Software Engineer positions that you can find on our website. I will be joined by a crack team of our best developers (Kevin Boyle, and new Red-Gater, Sam Blackburn), and recruiting hostess with the mostest Laura McQuillen, and hopefully a couple of others as well - if I can successfully twist more arms before Monday.* Hopefully by next Friday our experiment will be up and running, and we may have changed the way Red Gate recruits software engineers for good!   • PASS: Bylaw Change 2013

    PASS launched a Global Growth Initiative in the Summer of 2011 with the appointment of three international Board advisors.  Since then we’ve thought and talked extensively about how we make PASS more relevant to our members outside the US and Canada.  We’ve collected much of that discussion in our Global Growth site.  You can find vision documents, plans, governance proposals, feedback sites, and transcripts of Twitter chats and town hall meetings.  We also address these plans at the Board Q&A during the 2012 Summit. One of the biggest changes coming out of this process is around how we elect Board members.  And that requires a change to the bylaws.  We published the proposed bylaw changes as a red-lined document so you can clearly see the changes.  Our goal in these bylaw changes was to address the changes required by the global growth initiatives, conduct a legal review of the document and address other minor issues in the document.  There are numerous small wording changes throughout the document.  For example, we replaced every reference of “The Corporation” with the word “PASS” so it now reads “PASS is organized…”. Board Composition The biggest change in these bylaw changes is how the Board is composed and elected.  This discussion starts in section VI.2.  This section now says that some elected directors will come from geographic regions.  I think this is the best way to make sure we give all of our members a voice in the leadership of the organization.  The key parts of this section are: The remaining Directors (i.e. the non-Officer Directors and non-Vendor Appointed Directors) shall be elected by the voting membership (“Elected Directors”). Elected Directors shall include representatives of defined PASS regions (“Regions”) as set forth below (“Regional Directors”) and at minimum one (1) additional Director-at-Large whose selection is not limited by region. Regional Directors shall include, but are not limited to, two (2) seats for the Region covering Canada and the United States of America. Additional Regions for the purpose of electing additional Regional Directors and additional Director-at-Large seats for the purpose of expanding the Board shall be defined by a majority vote of the current Board of Directors and must be established prior to the public call for nominations in the general election. Previously defined Regions and seats approved by the Board of Directors shall remain in effect and can only be modified by a 2/3 majority vote by the then current Board of Directors. Currently PASS has six At-Large Directors elected by the members.  These changes allow for a Regional Director position that is elected by the members but must come from a particular region.  It also stipulates that there must always be at least one Director-at-Large who can come from any region. We also understand that PASS is currently a very US-centric organization.  Our Summit is held in America, roughly half our chapters are in the US and Canada and most of the Board members over the last ten years have come from America.  We wanted to reflect that by making sure that our US and Canadian volunteers would continue to play a significant role by ensuring that two Regional seats are reserved specifically for Canada and the US. Other than that, the bylaws don’t create any specific regional seats.  These rules allow us to create Regional Director seats but don’t require it.  We haven’t fully discussed what the criteria will be in order for a region to have a seat designated for it or how many regions there will be.  In our discussions we’ve broadly discussed regions for United States and Canada Europe, Middle East, and Africa (EMEA) Australia, New Zealand and Asia (also known as Asia Pacific or APAC) Mexico, South America, and Central America (LATAM) As you can see, our thinking is that there will be a few large regions.  I’ve also considered a non-North America region that we can gradually split into the regions above as our membership grows in those areas.  The regions will be defined by a policy document that will be published prior to the elections. I’m hoping that over the next year we can begin to publish more of what we do as Board-approved policy documents. While the bylaws only require a single non-region specific At-large Director, I would expect we would always have two.  That way we can have one in each election.  I think it’s important that we always have one seat open that anyone who is eligible to run for the Board can contest.  The Board is required to have any regions defined prior to the start of the election process. Board Elections – Regional Seats We spent a lot of time discussing how the elections would work for these Regional Director seats.  Ultimately we decided that the simplest solution is that every PASS member should vote for every open seat.  Section VIII.3 reads: Candidates who are eligible (i.e. eligible to serve in such capacity subject to the criteria set forth herein or adopted by the Board of Directors) shall be designated to fill open Board seats in the following order of priority on the basis of total votes received: (i) full term Regional Director seats, (ii) full term Director-at-Large seats, (iii) not full term (vacated) Regional Director seats, (iv) not full term (vacated) Director-at-Large seats. For the purposes of clarity, because of eligibility requirements, it is contemplated that the candidates designated to the open Board seats may not receive more votes than certain other candidates who are not selected to the Board. We debated whether to have multiple ballots or one single ballot.  Multiple ballot elections get complicated quickly.  Let’s say we have a ballot for US/Canada and one for Region 2.  After that we’d need a mechanism to merge those two together and come up with the winner of the at-large seat or have another election for the at-large position.  We think the best way to do this is a single ballot and putting the highest vote getters into the most restrictive seats.  Let’s look at an example: There are seats open for Region 1, Region 2 and at-large.  The election results are as follows: Candidate A (eligible for Region 1) – 550 votes Candidate B (eligible for Region 1) – 525 votes Candidate C (eligible for Region 1) – 475 votes Candidate D (eligible for Region 2) – 125 votes Candidate E (eligible for Region 2) – 75 votes In this case, Candidate A is the winner for Region 1 and is assigned that seat.  Candidate D is the winner for Region 2 and is assigned that seat.  The at-large seat is filled by the high remaining vote getter which is Candidate B. The key point to understand is that we may have a situation where a person with a lower vote total is elected to a regional seat and a person with a higher vote total is excluded.  This will be true whether we had multiple ballots or a single ballot.  Board Elections – Vacant Seats The other change to the election process is for vacant Board seats.  The actual changes are sprinkled throughout the document. Previously we didn’t have a mechanism that allowed for an election of a Board seat that we knew would be vacant in the future.  The most common case is when a Board members moves to an Officer role in the middle of their term.  One of the key changes is to allow the number of votes members have to match the number of open seats.  This allows each voter to express their preference on all open seats.  This only applies when we know about the opening prior to the call for nominations.  This all means that if there’s a seat will be open at the start of the next Board term, and we know about it prior to the call for nominations, we can include that seat in the elections.  Ultimately, the aim is to have PASS members decide who sits on the Board in as many situations as possible. We discussed the option of changing the bylaws to just take next highest vote-getter in all other cases.  I think that’s wrong for the following reasons: All voters aren’t able to express an opinion on all candidates.  If there are five people running for three seats, you can only vote for three.  You have no way to express your preference between #4 and #5. Different candidates may have different information about the number of seats available.  A person may learn that a Board member plans to resign at the end of the year prior to that information being made public. They may understand that the top four vote getters will end up on the Board while the rest of the members believe there are only three openings.  This may affect someone’s decision to run.  I don’t think this creates a transparent, fair election. Board members may use their knowledge of the election results to decide whether to remain on the Board or not.  Admittedly this one is unlikely but I don’t want to create a situation where this accusation can be leveled. I think the majority of vacancies in the future will be handled through elections.  The bylaw section quoted above also indicates that partial term vacancies will be filled after the full term seats are filled. Removing Directors Section VI.7 on removing directors has always had a clause that allowed members to remove an elected director.  We also had a clause that allowed appointed directors to be removed.  We added a clause that allows the Board to remove for cause any director with a 2/3 majority vote.  The updated text reads: Any Director may be removed for cause by a 2/3 majority vote of the Board of Directors whenever in its judgment the best interests of PASS would be served thereby. Notwithstanding the foregoing, the authority of any Director to act as in an official capacity as a Director or Officer of PASS may be suspended by the Board of Directors for cause. Cause for suspension or removal of a Director shall include but not be limited to failure to meet any Board-approved performance expectations or the presence of a reason for suspension or dismissal as listed in Addendum B of these Bylaws. The first paragraph is updated and the second and third are unchanged (except cleaning up language).  If you scroll down and look at Addendum B of these bylaws you find the following: Cause for suspension or dismissal of a member of the Board of Directors may include: Inability to attend Board meetings on a regular basis. Inability or unwillingness to act in a capacity designated by the Board of Directors. Failure to fulfill the responsibilities of the office. Inability to represent the Region elected to represent Failure to act in a manner consistent with PASS's Bylaws and/or policies. Misrepresentation of responsibility and/or authority. Misrepresentation of PASS. Unresolved conflict of interests with Board responsibilities. Breach of confidentiality. The bold line about your inability to represent your region is what we added to the bylaws in this revision.  We also added a clause to section VII.3 allowing the Board to remove an officer.  That clause is much less restrictive.  It doesn’t require cause and only requires a simple majority. The Board of Directors may remove any Officer whenever in their judgment the best interests of PASS shall be served by such removal. Other There are numerous other small changes throughout the document. Proxy voting.  The laws around how members and Board members proxy votes are specific in Illinois law.  PASS is an Illinois corporation and is subject to Illinois laws.  We changed section IV.5 to come into compliance with those laws.  Specifically this says you can only vote through a proxy if you have a written proxy through your authorized attorney.  English language proficiency.  As we increase our global footprint we come across more members that aren’t native English speakers.  The business of PASS is conducted in English and it’s important that our Board members speak English.  If we get big enough to afford translators, we may be able to relax this but right now we need English language skills for effective Board members. Committees.  The language around committees in section IX is old and dated.  Our lawyers advised us to clean it up.  This section specifically applies to any committees that the Board may form outside of portfolios.  We removed the term limits, quorum and vacancies clause.  We don’t currently have any committees that this would apply to.  The Nominating Committee is covered elsewhere in the bylaws. Electronic Votes.  The change allows the Board to vote via email but the results must be unanimous.  This is to conform with Illinois state law. Immediate Past President.  There was no mechanism to fill the IPP role if an outgoing President chose not to participate.  We changed section VII.8 to allow the Board to invite any previous President to fill the role by majority vote. Nominations Committee.  We’ve opened the language to allow for the transparent election of the Nominations Committee as outlined by the 2011 Election Review Committee. Revocation of Charters. The language surrounding the revocation of charters for local groups was flagged by the lawyers. We have allowed for the local user group to make all necessary payment before considering returning of items to PASS if required. Bylaw notification. We’ve spent countless meetings working on these bylaws with the intent to not open them again any time in the near future. Should the bylaws be opened again, we have included a clause ensuring that the PASS membership is involved. I’m proud that the Board has remained committed to transparency and accountability to members. This clause will require that same level of commitment in the future even when all the current Board members have rolled off.
