  • Evidence-Based-Scheduling - are estimations only as accurate as the work-plan they're based on?

    I've been using FogBugz's Evidence Based Scheduling (for the uninitiated, Joel explains) for a while now and there's an inherent problem I can't seem to work around. The system is good at telling me the probability that a given project will be delivered at some date, given the detailed list of tasks that comprise the project. However, it does not take into account the fact that during development additional tasks always pop up. Now, there's the garbage-can approach of creating a generic task/scheduled-item for "last minute hacks" or "integration tasks", or what have you, but that clearly goes against the idea of aggregating the estimates of many small cases. It's often the case that during the development stage of a project you realize that there's a whole area your planning didn't cover, because, well, that's the nature of developing stuff that hasn't been developed before. So now your ~3 month project may very well turn into a 6 month project, but not because your estimations were off (you could be the best estimator in the world, for those task the comprised your initial work plan); rather because you ended up adding a whole bunch of new tasks that weren't there to begin with. EBS doesn't help you with that. It could, theoretically (I guess). It could, perhaps, measure the amount of work you add to a project over time and take that into consideration when estimating the time remaining on a given project. Just a thought. In other words, EBS works on a task basis, but not on a project/release basis - but the latter is what's important. It's what your boss typically cares about - delivery date, not the time it takes to finish each task along the way, and not the time it would have taken, if your planning was perfect. So the question is (yes, there's a question here, don't close it): What's your methodology when it comes to using EBS in FogBugz and how do you solve the problem above, which seems to be a main cause of schedule delays and mispredictions? Edit Some more thoughts after reading a few answers: If it comes down to having to choose which delivery date you're comfortable presenting to your higher-ups by squinting at the delivery-probability graph and choosing 80%, or 95%, or 60% (based on what, exactly?) then we've resorted to plain old buffering/factoring of our estimates. In which case, couldn't we have skipped the meticulous case by case hour-sized estimation effort step? By forcing ourselves to break down tasks that take more than a day into smaller chunks of work haven't we just deluded ourselves into thinking our planning is as tight and thorough as it could be? People may be consistently bad estimators that do not even learn from their past mistakes. In that respect, having an EBS system is certainly better than not having one. But what can we do about the fact that we're not that good in planning as well? I'm not sure it's a problem that can be solved by a similar system. Our estimates are wrong because of tendencies to be overly optimistic/pessimistic about certain tasks, and because of neglect to account for systematic delays (e.g. sick days, major bug crisis) - and usually not because we lack knowledge about the work that needs to be done. Our planning, on the other hand, is often incomplete because we simply don't have enough knowledge in this early stage; and I don't see how an EBS-like system could fill that gap. So we're back to methodology. We need to find a way to accommodate bad or incomplete work plans that's better than voodoo-multiplication.

  • How to prepare for an interview presentation!

    During an interview process you might be asked to prepare a presentation as one of the steps in the recruitment process. Below, we want to give you some tips to help you prepare for what might be considered a daunting aspect of a recruitment process. Main purpose of the presentation Always keep in mind the main purpose of what the presentation is meant to convey. Generally speaking, an interview presentation is for the company to check if you have the ability to represent and sell the organization (and yourself), to the internal and external stakeholders in the position you are applying for. A presentation is often also part of the recruitment process to check whether you can structure and explain your experience and thoughts in a convincing manner. If you are unsure about the purpose of the presentation, feel free to ask your recruiter for more information. Preparation As with every task you do, preparation is key, so is the case with an interview presentation. It is important to know who your audience is. You have to adapt your presentation to your audience, ensuring that you are presenting the facts which they would want to hear. Furthermore, make sure you practice your presentation beforehand; this will make you more confident in your presenting skills. Also, estimate the length of your presentation as presentations or pitches during the recruitment process are often capped to a certain time limit. Structure Every presentation should have a beginning, middle and an end. Make sure you give an overview of your presentation and tell the audience what they can expect. Your presentation should have a logical order and a clear message. Always build up to your key message with strong arguments and evidence. When speaking about the topic, make sure you convey your points with conviction. Also be sure you believe the message you bring forward, if you don’t believe it yourself, then the audience definitely won’t! Delivery When you think back on successful presentations you have seen, the presenter was most likely always standing up. So if asked to do a presentation, follow this example and make sure you stand up as well. Standing up when you are doing your presentation shows confidence and control. Another important aspect in the delivery of the presentation is to relax and speak slowly and with enough volume for the audience to hear you. Speaking slowly allows the audience the time to absorb the information you are providing to them. Visual Using PowerPoint, or an equivalent, makes it very easy to have a visually attractive presentation. Make sure however that you take into account that the visual aids you use are there to support you, not for you to read word for word what is on the slides! Questions When starting your presentation, it is a good idea to tell your audience that you will deal with any questions they might have at the end of the presentation. This way it doesn’t interrupt your train of thought and the flow of your presentation. Answering questions at the end may give you additional opportunities to further expand on your facts in the topic. Some people might play the “devil’s advocate” role and confront you with opposing opinions, if this is the case, take your time to reiterate your points and remain professional in your response. A good way to deal with this is to start interacting with other members of the audience and ask for their opinions, so it will become a group discussion. This will also shows strong leadership skills, as you are open to discuss and ask for other opinions.   • The Oracle Retail Week Awards - most exciting awards yet?

    Last night's annual Oracle Retail Week Awards saw the UK's top retailers come together to celebrate the very best of our industry over the last year.  The Grosvenor House Hotel on Park Lane in London was the setting for an exciting ceremony which this year marked several significant milestones in British - and global - retail.  Check out our videos about the event at our Oracle Retail YouTube channel, and see if you were snapped by our photographer on our Oracle Retail Facebook page. There were some extremely hot contests for many of this year's awards - and all very deserving winners.  The entries have demonstrated beyond doubt that retailers have striven to push their standards up yet again in all areas over the past year.  The judging panel includes some of the most prestigious names in the retail industry - to impress the panel enough to win an award is a substantial achievement.  This year the panel included the likes of Andy Clarke - Chief Executive of ASDA Group; Mark Newton Jones - CEO of Shop Direct Group; Richard Pennycook - the finance director at Morrisons; Rob Templeman - Chief Executive of Debenhams; and Stephen Sunnucks - the president of Gap Europe.  These are retail veterans  who have each helped to shape the British High Street over the last decade.  It was great to chat with many of them in the Oracle VIP area last night.  For me, last night's highlight was honouring both Sir Stuart Rose and Sir Terry Leahy for their contributions to the retail industry.  Both have set the standards in retailing over the last twenty years and taken their respective businesses from strength to strength, demonstrating that there is always a need for innovation even in larger businesses, and that a business has to adapt quickly to new technology in order to stay competitive.  Sir Terry Leahy's retirement this year marks the end of an era of global expansion for the Tesco group and a milestone in the progression of British retail.  Sir Terry has helped steer Tesco through nearly 20 years of change, with 14 years as Chief Executive.  During this time he led the drive for international expansion and an aggressive campaign to increase market share.  He has led the way for High Street retailers in adapting to the rise of internet retailing and nurtured a very successful home delivery service.  More recently he has pioneered the notion of cross-channel retailing with the introduction of Tesco apps for the iPhone and Android mobile phones allowing customers to scan barcodes of items to add to a shopping list which they can then either refer to in store or order for delivery.  John Lewis Partnership was a very deserving winner of The Oracle Retailer of the Year award for their overall dedication to excellent retailing practices.  The business was also named the American Express Marketing/Advertising Campaign of the Year award for their memorable 'Never Knowingly Undersold' advert series, which included a very successful viral video and radio campaign with Fyfe Dangerfield's cover of Billy Joel's 'She's Always a Woman' used for the adverts.  Store Design of the Year was another exciting category with Topshop taking the accolade for its flagship Oxford Street store in London, which combines boutique concession-style stalls with high fashion displays and exclusive collections from leading designers.  The store even has its own hairdressers and food hall, making it a truly all-inclusive fashion retail experience and a global landmark for any self-respecting international fashion shopper. Over the next few weeks we'll be exploring some of the winning entries in more detail here on the blog, so keep an eye out for some unique insights into how the winning retailers have made such remarkable achievements.

Introduction to Oracle GoldenGate Veridata Wednesday October 3rd 10:15AM in the Marriott Marquis Sales 1/2 Oracle GoldenGate Veridata compares one set of data with another and identifies data that is out of synchronization. In this hands-on lab, you will be introduced to the key features of this product. Using the Oracle GoldenGate Veridata Web client, you will have the opportunity to configure comparison objects and rules, initiate a comparison, review the status and output of a comparison, and review out-of-sync data. As a bonus this year, we have recorded the labs and made them available on youtube.com/oraclegoldengate. These will be available the day of the labs. Our demo pods are an opportunity for attendees to see our products but more so to meet the product management and development teams. I would like to point out that we have two Oracle GoldenGate 11gR2 demo pods, one in the database camp and the other in the middleware camp. The one in the middleware camp will be focused on all platforms while the one in the database camp will have a focus on the Oracle platform. The other two I would like to point out are the Monitoring Oracle GoldenGate and the Oracle Enterprise Manager demo pods; both of these pods will focus on methods to monitor GoldenGate but the OEM demo pod will have a specific focus on the Oracle GoldenGate Management Pack plug-in for OEM.   • 2013 Predictions for Retail

    Its that time of year to roll out the predictions for next year.  I can't say I've really nailed it in the past, but feel free to look back at my 2012, 2011, and 2010 predictions.  I'm not expecting anything earth-shattering this year; just continued maturation of several technologies that are finally taking hold. 1. Next day delivery -- Amazon finally decided it wasn't worth fighting state taxes and instead decided to place distribution centers everywhere so they can potentially offer next-day deliveries.  Not to be outdone, Walmart is looking to leverage its huge physical presence to offer the same.  Clubs like ShopRunner are pushing delivery barriers as well, so the norm is shifting to free shipping in a few days or relatively cheap shipping overnight.  Retailers need be thinking about how to ship from physical stores. 2. Bring your own device -- Earlier this year Intuit bought AisleBuyer, a mobile self-checkout start-up, at least somewhat validating the BYOD approach.  Grocery stores, especially in Europe, have been supporting in-aisle self-scanning for a while and I'm betting it will find a home in certain verticals in the US too.  There's also the BYOD concept for employees.  Some retailers are considering issuing mobile devices at hiring along side the shirt and name-tag.  Employees become responsible for the hardware until they leave. 3. TV shopping -- Will Apple finally release a TV product in 2013?  Who knows?  But the industry isn't standing still. Companies like QVC and HSN are already successfully combining the TV and online experiences for shopping.  Comcast is partnering with Tivo to allow viewers to interact with ads with Paypal handing payment.  This will be a slow maturation, but expect TVs to get smarter and eventually become a new selling channel (pun intended) for retailers. 4. Privacy backlash -- It only takes one big incident to stir the public, and I'm betting we have one in 2013.  Facebook, Google, or Apple will test the boundaries of what the public is willing to accept.  It could involve a retailer using geo-location technology, or possibly video analytics.  And as is always the case, the offender will apologize, temporarily remove the technology, and wait 2-3 years for it to be generally accepted.  Privacy is a moving target. 5. More NFC -- I've come to the conclusion that adoption of any banking technology is going to be slow.  It was slow for credit cards, ATMs, and online billpay so why should it be any different for NFC?  Maybe, just maybe the iPhone 5S will have an NFC chip, but we're not going to see mainstream uptake for years.  Next year we'll continue to see incremental improvements from Isis, Google, and Paypal and a plethora of new startups, but don't toss your magstripe cards just yet. 6. In-store location -- The technologies for tracking people inside stores is really improving.  Retailers can track people using video cameras, infrared, and by the WiFi radios in mobile phones.  We're getting closer to the point where accuracy could be a shelf-facing, which will help retailers understand how people shop, where they spend time, and what displays attract them.  Expect CPG companies to get involved and partner with retailers, since the data benefits both parties.  Consumers will benefit by being directed right to the products they seek.  (In 2013 ARTS is forming a workteam to develop new standards in this area.) 7. M&A -- Looking back at 2012 there were some really big deals involving IBM, Oracle, JDA, and NCR and I expect that trend will likely continue as vendors add assets to bolster their portfolios.  Many retailers are due for an IT transformation to support anywhere, anytime shoppers, and one-stop-vendors can minimize complexity and costs. The company has accomplished a lot in ten years overcoming a number of hurdles and challenges to have grown organically to a 150+ person global company with offices in the US, UK, and India and customers in the US, Canada, and Europe. Now more than ever with the current global landscape from an economic and competitive standpoint it was vital that we make some changes to remain successful for the next ten years. There were two key initiatives that we discussed internally that would enable us to successfully accomplish this – collaboration and the concept of “insight to action”. With our existing Oracle CRM On Demand platform we had components of this but not the full depth and breadth that we were looking for. When we started to discuss Fusion CRM we immediately saw several next generation tools that would embrace these two objectives. For a consulting and development organization the collaboration required between business development and consulting delivery is as important as the collaboration required during the projects between the project delivery and account management teams. The Activity Streams functionality in Fusion CRM immediately addressed the communication of key discussion topics and exchanges around our clients. Of course when we saw the Oracle Social Network (which is part of our Fusion CRM roadmap) we were blown away. The combination OSN and our CRM is going to make us more effective as we discuss and work cohesively on client engagements – ensuring mutual success for both Athene and our clients. When we looked at “insight to action” we saw that we had a great platform when folks were at their desks, unfortunately a lot of our business development and consulting folks are on the road. The Fusion Mobile Sales and Fusion Outlook Desktop provide information to our teams when they are on the go. So that they can provide real-time information and react to real-time information provided by their peers. We are in the early stages of our transformative experience with Fusion CRM but we believe the platform along with our people and processes are going to help us achieve our goals in the future.

  • Windows Azure Recipe: Consumer Portal

    Nearly every company on the internet has a web presence. Many are merely using theirs for informational purposes. More sophisticated portals allow customers to register their contact information and provide some level of interaction or customer support. But as our understanding of how consumers use the web increases, the more progressive companies are taking advantage of social web and rich media delivery to connect at a deeper level with the consumers of their goods and services. Drivers Cost reduction Scalability Global distribution Time to market Solution Here’s a sketch of how a Windows Azure Consumer Portal might be built out: Ingredients Web Role – this will host the core of the solution. Each web role is a virtual machine hosting an application written in ASP.NET (or optionally php, or node.js). The number of web roles can be scaled up or down as needed to handle peak and non-peak traffic loads. Database – every modern web application needs to store data. SQL Azure databases look and act exactly like their on-premise siblings but are fault tolerant and have data redundancy built in. Access Control (optional) – if identity needs to be tracked within the solution, the access control service combined with the Windows Identity Foundation framework provides out-of-the-box support for several social media platforms including Windows LiveID, Google, Yahoo!, Facebook. It also has a provider model to allow integration with other platforms as well. Caching (optional) – for sites with high traffic with lots of read-only data and lists, the distributed in-memory caching service can be used to cache and serve up static data at higher scale and speed than direct database requests. It can also be used to manage user session state. Blob Storage (optional) – for sites that serve up unstructured data such as documents, video, audio, device drivers, and more. The data is highly available and stored redundantly across data centers. Each entry in blob storage is provided with it’s own unique URL for direct access by the browser. Content Delivery Network (CDN) (optional) – for sites that service users around the globe, the CDN is an extension to blob storage that, when enabled, will automatically cache frequently accessed blobs and static site content at edge data centers around the world. The data can be delivered statically or streamed in the case of rich media content. (Note: The entire Windows Azure Training Kit can also be downloaded for offline use.) Windows Azure (16 labs) Windows Azure is an internet-scale cloud computing and services platform hosted in Microsoft data centers, which provides an operating system and a set of developer services which can be used individually or together. It gives developers the choice to build web applications; applications running on connected devices, PCs, or servers; or hybrid solutions offering the best of both worlds. New or enhanced applications can be built using existing skills with the Visual Studio development environment and the .NET Framework.   • Mastering snow and Java development at jDays in Gothenburg

    Last weekend, I took the train from Stockholm to Gothenburg to attend and present at the new Java developer conference jDays. It was professionally arranged in the Swedish exhibition hall close to the amusement park Liseberg and we got a great deal out of the top-level presenters and hallway discussions. Understanding and Improving Your Java Process Our main purpose was to spread information on JVM and our monitoring tools for Java processes, so I held a crash course in the most important terms and concepts if you want to affect the performance of your Java process. From the beginning - the JVM specification to interpretation of heap usage graphs. For correct analysis, you also need to understand something about process memory - you need space for the Java heap (-Xms for initial size and -Xmx for max heap size), but the process memory also contain the thread stacks (to a size of -Xss), JVM internal data structures used for keeping track of Java objects on the heap, method compilation/optimization, native libraries, etc. If you get long pause times, make sure to monitor your application, see the allocation rate and frequency of pause times.My colleague Klara Ward then held a presentation on the Java Mission Control product, the profiling and diagnostics tools suite for HotSpot, coming soon. The room was packed and very appreciated, Klara demonstrated four different scenarios, e.g. how to diagnose and fix latencies due to lock contention for logging.My German colleague, OpenJDK ambassador Dalibor Topic travelled to Sweden to do the second keynote on "Make the Future Java". He let us in on the coming features and roadmaps of Java, now delivering major versions on a two-year schedule (Java 7 2011, Java 8 2013, etc). Also letting us in on where to download early versions of 8, to report problems early on. Software Development in teams Being a scout leader, I'm drilled in different team building and workshop techniques, creating strong groups - of course, I had to attend Henrik Berglund's session on building successful teams. He spoke about the importance of clear goals, autonomy and agreed processes. Thomas Sundberg ended the conference by doing live remote pair programming with Alex in Rumania and a concrete tips for people wanting to try it out (for local collaboration, remember to wash and change clothes). Memory Master Keynote The conference keynote was delivered by the Swedish memory master Mattias Ribbing, showing off by remembering the order of a deck of cards he'd seen once. He made it interactive by forcing the audience to learn a memory mastering technique of remembering ten ordered things by heart, asking us to shout out the order backwards and we made it! I desperately need this - bought the book, will get back on the subject. Continuous Delivery The most impressive presenter was Axel Fontaine on Continuous Delivery. Very well prepared slides with key images of his message and moved about the stage like a rock star. The topic is of course highly interesting, how to create an infrastructure enabling immediate feedback to developers and ability to release your product several times per day. Tomek Kaczanowski delivered a funny and useful presentation on good and bad tests, providing comic relief with poorly written tests and the useful rules of thumb how to rewrite them. To conclude, we had a great time and hope to see you at jDays next year :)

  • What is a good design pattern / lib for iOS 5 to synchronize with a web service?

    We are developing an iOS application that needs to synchronize with a remote server using web services. The existing web services have an "operations" style rather than REST (implemented in WCF but exposing JSON HTTP endpoints). We are unsure of how to structure the web services to best fit with iOS and would love some advice. We are also interested in how to manage the synchronization process within iOS. Without going into detailed specifics, the application allows the user to estimate repair costs at a remote site. These costs are broken down by room and item. If the user has an internet connection this data can be sent back to the server. Multiple photographs can be taken of each item, but they will be held in a separate queue, which sends when the connection is optimal (ideally wifi). Our backend application controls the unique ids for each room and item. Thus, each time we send these costs to the server, the server echoes the central database ids back, thus, that they can be synchronized in the mobile app. I have simplified this a little, since the operations contract is actually much larger, but I just want to illustrate the basic requirements without complicating matters. Firstly, the web service architecture: We currently have two operations: GetCosts and UpdateCosts. My assumption is that if we used a strict REST architecture we would need to break our single web service operations into multiple smaller services. This would make the services much more chatty and we would also have to guarantee a delivery order from the app. For example, we need to make sure that containing rooms are added before the item. Although this seems much more RESTful, our perception is that these extra calls are expensive connections (security checks, database calls, etc). Does the type of web api (operation over service focus) determine chunky vs chatty? Since this is mobile (3G), are we better handling lots of smaller messages, or a few large ones? Secondly, the iOS side. What is the current advice on how to manage data synchronization within the iOS (5) app itself. We need multiple queues and we need to guarantee delivery order in each queue (and technically, ordering between queues). The server needs to control unique ids and other properties and echo them back to the application. The application then needs to update an internal database and when re-updating, make sure the correct ids are available in the update message (essentially multiple inserts and updates in one call). Our backend has a ton of business logic operating on these cost estimates. We don't want any of this in the app itself. Currently the iOS app sends the cost data, and then the server echoes that data back with populated ids (and other data). The existing cost data is deleted and the echoed response data is added to the client database on the device. This is causing us problems, because any photos might not have been sent, but the original entity tree has been removed and replaced. Obviously updating the costs tree rather than replacing it would remove this problem, but I'm not sure if there are any nice xcode libraries out there to do such things. I welcome any advice you might have.

  • Localize WiX installer which uses the Firewall extension

    I've got a WiX installer project which uses MSBuild to generate the MSI file. The WXS file includes the WiX firewall extension: xmlns:fire="http://schemas.microsoft.com/wix/FirewallExtension" I've defined two cultures in the MSBuild file with the following definition: <PropertyGroup> ... <Cultures>en-us;no-no</Cultures> </PropertyGroup> I've also added the translated resources: <ItemGroup> <EmbeddedResource Include="lang\Firewall_no-no.wxl" /> <EmbeddedResource Include="lang\WixUI_no-no.wxl" /> </ItemGroup> These represents translation to Norwegian for the Firewall extension and the WixUI extension. When I run the build it succeeds with the en-us part, but the no-no part fails with the following error messages: C:\delivery\Dev\wix30_public\src\ext\FirewallExtension\wixlib\FirewallExtension.wxs(19): error LGHT0102: The localization variable !(loc.WixSchedFirewallExceptionsInstall) is unknown. Please ensure the variable is defined. .... Couple of issues: I don't know where the C:\delivery directory comes from. I don't have such a directory. The localization variables referenced in the error message have been translated in the Firewall_no-no.wxl file. When I run MSBuild with more detailed information I see the following output right before the error message: Task "Light" Command: C:\Program Files (x86)\Windows Installer XML v3\bin\Light.exe -cultures:no-no -ext "C:\Program Files (x86)\Windows Installer XML v3\bin\WixUIExtension.dll" -ext "C:\Program Files (x86)\Windows I nstaller XML v3\bin\WixUtilExtension.dll" -ext "C:\Program Files (x86)\Windows Installer XML v3\bin\WixFirewallExtension.dll" -loc lang\Firewall_no-no.wxl -loc lang\WixUI_no-no.wxl -out F:\Projects\MyProd\MyProj\Installer\bin\Debug\no-no\MyInstaller.msi -pdbout F:\Projects\MyProd\MyProj\Installer\bin\Debug\no-no\MyInstaller.wixpdb obj\Debug\MyProj.wixobj As the details show, the MSBuild task results in having two -loc parameters to the Light executable. Not sure if that would be the reason for this problem. Any ideas on how to solve this?

    Smart Grid Background What Are Smart Grids?Smart Grids use computer hardware and software, sensors, controls, and telecommunications equipment and services to: Link customers to information that helps them manage consumption and use electricity wisely. Enable customers to respond to utility notices in ways that help minimize the duration of overloads, bottlenecks, and outages. Provide utilities with information that helps them improve performance and control costs. What Is Driving Smart Grid Development? Environmental ImpactSmart Grid development is picking up speed because of the widespread interest in reducing the negative impact that energy use has on the environment. Smart Grids use technology to drive efficiencies in transmission, distribution, and consumption. As a result, utilities can serve customers’ power needs with fewer generating plants, fewer transmission and distribution assets,and lower overall generation. With the possible exception of wind farm sprawl, landscape preservation is one obvious benefit. And because most generation today results in greenhouse gas emissions, Smart Grids reduce air pollution and the potential for global climate change.Smart Grids also more easily accommodate the technical difficulties of integrating intermittent renewable resources like wind and solar into the grid, providing further greenhouse gas reductions. CostsThe ability to defer the cost of plant and grid expansion is a major benefit to both utilities and customers. Utilities do not need to use as many internal resources for traditional infrastructure project planning and management. Large T&D infrastructure expansion costs are not passed on to customers.Smart Grids will not eliminate capital expansion, of course. Transmission corridors to connect renewable generation with customers will require major near-term expenditures. Additionally, in the future, electricity to satisfy the needs of population growth and additional applications will exceed the capacity reductions available through the Smart Grid. At that point, expansion will resume—but with greater overall T&D efficiency based on demand response, load control, and many other Smart Grid technologies and business processes. Energy efficiency is a second area of Smart Grid cost saving of particular relevance to customers. The timely and detailed information Smart Grids provide encourages customers to limit waste, adopt energy-efficient building codes and standards, and invest in energy efficient appliances. Efficiency may or may not lower customer bills because customer efficiency savings may be offset by higher costs in generation fuels or carbon taxes. It is clear, however, that bills will be lower with efficiency than without it. Utility Operations Smart Grids can serve as the central focus of utility initiatives to improve business processes. Many utilities have long “wish lists” of projects and applications they would like to fund in order to improve customer service or ease staff’s burden of repetitious work, but they have difficulty cost-justifying the changes, especially in the short term. Adding Smart Grid benefits to the cost/benefit analysis frequently tips the scales in favor of the change and can also significantly reduce payback periods.Mobile workforce applications and asset management applications work together to deploy assets and then to maintain, repair, and replace them. Many additional benefits result—for instance, increased productivity and fuel savings from better routing. Smart Grid Business Software Minimizes the Impact of Peak Demand Utilities must size their assets to accommodate their highest peak demand. The higher the peak rises above base demand: The more assets a utility must build that are used only for brief periods—an inefficient use of capital. The higher the utility’s risk profile rises given the uncertainties surrounding the time needed for permitting, building, and recouping costs. The higher the costs for utilities to purchase supply, because generators can charge more for contracts and spot supply during high-demand periods. Where permitted, Smart Grids can open the doors to such new utility service offerings as: Monitoring properties. Landlords reduce costs of vacant properties when utilities notify them of unexpected energy or water consumption. Utilities can perform similar services for owners of vacation properties or the adult children of aging parents. Monitoring equipment. Power-use patterns can reveal a need for equipment maintenance. Smart Grids permit utilities to alert owners or managers to a need for maintenance or replacement. Facilitating home and small-business networks. Smart Grids can provide a gateway to equipment networks that automate control or let owners access equipment remotely. They also facilitate net metering, offering some utilities a path toward involvement in small-scale solar or wind generation. Prepayment plans that do not need special meters. Smart Grid Business Software Helps Customers Control Energy Costs There is no end to the ways Smart Grids help both small and large customers control energy costs. For instance: Multi-premises customers appreciate having all meters read on the same day so that they can more easily compare consumption at various sites. Customers in competitive regions can match their consumption profile (detailed via Smart Grid data) with specific offerings from competitive suppliers. Customers seeing inexplicable consumption patterns and power quality problems may investigate further. The result can be discovery of electrical problems that can be resolved through rewiring or maintenance—before more serious fires or accidents happen. Smart Grid Business Software Facilitates Use of Renewables Generation from wind and solar resources is a popular alternative to fossil fuel generation, which emits greenhouse gases.   • Project Management Helps AmeriCares Deliver International Aid

    Excerpt from PROFIT - ORACLE - by Alison Weiss Handle with Care Sound project management helps AmeriCares bring international aid to those in need. The stakes are always high for AmeriCares. On a mission to restore health and save lives during times of disaster, the nonprofit international relief and humanitarian aid organization delivers donated medicines, medical supplies, and humanitarian aid to people in the U.S. and around the globe. Founded in 1982 with the express mission of responding as quickly and efficiently as possible to help people in need, the Stamford, Connecticut-based AmeriCares has delivered more than US$10.5 billion in aid to 147 countries over the past three decades. Launch the Slideshow “It’s critically important to us that we steward all the donations and that the medical supplies and medicines get to people as quickly as possible with no loss,” says Kate Sears, senior vice president for finance and technology at AmeriCares. “Whether we’re shipping IV solutions to victims of cholera in Haiti or antibiotics to Somali famine victims, we need to get the medicines there sooner because it means more people will be helped and lives improved or even saved.” Ten years ago, the tracking systems used by AmeriCares associates were paper-based. In recent years, staff started using spreadsheets, but the tracking processes were not standardized between teams. “Every team was tracking completely different information,” says Megan McDermott, senior associate, Sub-Saharan Africa partnerships, at AmeriCares. “It was just a few key things. For example, we tracked the date a shipment was supposed to arrive and the date we got reports from our partner that a hospital received aid on their end.” While the data was accurate, much detail was being lost in the process. AmeriCares management knew it could do a better job of tracking this enterprise data and in 2011 took a significant step by implementing Oracle’s Primavera P6 Professional Project Management. “It’s a comprehensive solution that has helped us improve the monitoring and controlling processes. It has allowed us to do our distribution better,” says Sears. In addition, the implementation effort has been a change agent, helping AmeriCares leadership rethink project management across the entire organization. Initially, much of the focus was on standardizing processes, but staff members also learned the importance of thinking proactively to prevent possible problems and evaluating results to determine if goals and objectives are truly being met. Such data about process efficiency and overall results is critical not only to AmeriCares staff but also to the donors supporting the organization’s life-saving missions. Efficiency Saves Lives One of AmeriCares’ core operations is to gather product donations from the private sector, establish where the most-urgent needs are, and solicit monetary support to send the aid via ocean cargo or airlift to welfare- and health-oriented nongovernmental organizations, hospitals, health networks, and government ministries based in areas in need. In 2011 alone, AmeriCares sent more than 3,500 shipments to 95 countries in response to both ongoing humanitarian needs and more than two dozen emergencies, including deadly tornadoes and storms in the U.S. and the devastating tsunami in Japan. When it comes to nonprofits in general, donors want to know that the charitable organizations they support are using funds wisely. Typically, nonprofits are evaluated by donors in terms of efficiency, an area where AmeriCares has an excellent reputation: 98 percent of expenses go directly to supporting programs and less than 2 percent represent administrative and fundraising costs. Donors, however, should look at more than simple efficiency, says Peter York, senior partner and chief research and learning officer at TCC Group, a nonprofit consultancy headquartered in New York, New York. They should also look at whether organizations have the systems in place to sustain their missions and continue to thrive. An expert on nonprofit organizational management, York has spent years studying sustainable charitable organizations. He defines them as nonprofits that are able to achieve the ongoing financial support to stay relevant and continue doing core mission work. In his analysis of well over 2,500 larger nonprofits, York has found that many are not sustaining, and are actually scaling back in size. “One of the biggest challenges of nonprofit sustainability is the general public’s perception that every dollar donated has to go only to the delivery of service,” says York. “What our data shows is that there are some fundamental capacities that have to be there in order for organizations to sustain and grow.” York’s research highlights the importance of data-driven leadership at successful nonprofits. “You’ve got to have the tools, the systems, and the technologies to get objective information on what you do, the people you serve, and the results you’re achieving,” says York. “If leaders don’t have the knowledge and the data, they can’t make the strategic decisions about programs to take organizations to the next level.” Historically, AmeriCares associates have used time-tested and cost-effective strategies to ship and then track supplies from donation to delivery to their destinations in designated time frames. When disaster strikes, AmeriCares ships by air and generally pulls out all the stops to deliver the most urgently needed aid within the first few days and weeks. Then, as situations stabilize, AmeriCares turns to delivering sea containers for the postemergency and ongoing aid so often needed over the long term. According to McDermott, getting a shipment out the door is fairly complicated, requiring as many as five different AmeriCares teams collaborating together. The entire process can take months—from when products are received in the warehouse and deciding which recipients to allocate supplies to, to getting customs and governmental approvals in place, actually shipping products, and finally ensuring that the products are received in-country. Delivering that aid is no small affair. “Our volume exceeds half a billion dollars a year worth of donated medicines and medical supplies, so it’s a sizable logistical operation to bring these products in and get them out to the right place quickly to have the most impact,” says Sears. “We really pride ourselves on our controls and efficiencies.” Adding to that complexity is the fact that the longer it takes to deliver aid, the more dire the human need can be. Any time AmeriCares associates can shave off the complicated aid delivery process can translate into lives saved. “It’s really being able to track information consistently that will help us to see where are the bottlenecks and where can we work on improving our processes,” says McDermott. Setting a Standard Productivity and information management improvements were key objectives for AmeriCares when staff began the process of implementing Oracle’s Primavera solution. But before configuring the software, the staff needed to take the time to analyze the systems already in place. According to Greg Loop, manager of database systems at AmeriCares, the organization received guidance from several consultants, including Rich D’Addario, consulting project manager in the Primavera Global Business Unit at Oracle, who was instrumental in shepherding the critical requirements-gathering phase. D’Addario encouraged staff to begin documenting shipping processes by considering the order in which activities occur and which ones are dependent on others to get accomplished. This exercise helped everyone realize that to be more efficient, they needed to keep track of shipments in a more standard way. “The staff didn’t recognize formal project management methodology,” says D’Addario. “But they did understand what the most important things are and that if they go wrong, an entire project can go off course.” Before, if a boatload of supplies was being sent to Haiti and there was a problem somewhere, a lot of time was taken up finding out where the problem was—because staff was not tracking things in a standard way. As a result, even more time was needed to find possible solutions to the problem and alert recipients that the aid might be delayed. “For everyone to put on the project manager hat and standardize the way every single thing is done means that now the whole organization is on the same page as to what needs to occur from the time a hurricane hits Haiti and when a boat pulls in to unload supplies,” says D’Addario. With so much care taken to put a process foundation firmly in place, configuring the Primavera solution was actually quite simple. Specific templates were set up for different types of shipments, and dashboards were implemented to provide executives with clear overviews of every project in the system. AmeriCares’ Loop reports that system planning, refining, and testing, followed by writing up documentation and training, took approximately four months. The system went live in spring 2011 at AmeriCares’ Connecticut headquarters. While the nonprofit has an international presence, with warehouses in Europe and offices in Haiti, India, Japan, and Sri Lanka, most donated medicines come from U.S. entities and are shipped from the U.S. out to the rest of the world. In addition, all shipments are tracked from the U.S. office. AmeriCares doesn’t expect the Primavera system to take months off the shipping time, especially for sea containers. However, any time saved is still important because it will allow aid to be delivered to people more quickly at a lower overall cost. “If we can trim a day or two here or there, that can translate into lives that we’re saving, especially in emergency situations,” says Sears. A Cultural Change Beyond the measurable benefits that come with IT-driven process improvement, AmeriCares management is seeing a change in culture as a result of the Primavera project. One change has been treating every shipment of aid as a project, and everyone involved with facilitating shipments as a project manager. “This is a revolutionary concept for us,” says McDermott. “Before, we were used to thinking we were doing logistics—getting a container from point A to point B without looking at it as one project and really understanding what it meant to manage it.” AmeriCares staff is also happy to report that collaboration within the organization is much more efficient. When someone creates a shipment in the Primavera system, the same shared template is used, which means anyone can log in to the system to see the status of a shipment. Knowledgeable staff can access a shipment project to help troubleshoot a problem. Management can easily check the status of projects across the organization. “Dashboards are really useful,” says McDermott. “Instead of going into the details of each project, you can just see the high-level real-time information at a glance.” The new system is helping team members focus on proactively managing shipments rather than simply reacting when problems occur. For example, when a container is shipped, documents must be included for customs clearance. Now, the shipping template has built-in reminders to prompt team members to ask for copies of these documents from freight forwarders and to follow up with partners to discover if a shipment is on time. In the past, staff may not have worked on securing these documents until they’d been notified a shipment had arrived in-country. Another benefit of capturing and adopting best practices within the Primavera system is that staff training is easier. “Capturing the processes in documented steps and milestones allows us to teach new staff members how to do their jobs faster,” says Sears. “It provides them with the knowledge of their predecessors so they don’t have to keep reinventing the wheel.” With the Primavera system already generating positive results, management is eager to take advantage of advanced capabilities. Loop is working on integrating the company’s proprietary inventory management system with the Primavera system so that when logistics or warehousing operators input data, the information will automatically go into the Primavera system. In the past, this information had to be manually keyed into spreadsheets, often leading to errors. Mining Historical Data Another feature on the horizon for AmeriCares is utilizing Primavera P6 Professional Project Management reporting capabilities. As the system begins to include more historical data, management soon will be able to draw on this information to conduct analysis that has not been possible before and create customized reports. For example, at the beginning of the shipment process, staff will be able to use historical data to more accurately estimate how long the approval process should take for a particular country. This could help ensure that food and medicine with limited shelf lives do not get stuck in customs or used beyond their expiration dates. The historical data in the Primavera system will also help AmeriCares with better planning year to year. The nonprofit’s staff has always put together a plan at the beginning of the year, but this has been very challenging simply because it is impossible to predict disasters. Now, management will be able to look at historical data and see trends and statistics as they set current objectives and prepare for future need. In addition, this historical data will provide AmeriCares management with the ability to review year-end data and compare actual project results with goals set at the beginning of the year—to see if desired outcomes were achieved and if there are areas that need improvement. It’s this type of information that is so valuable to donors. And, according to York, project management software can play a critical role in generating the data to help nonprofits sustain and grow. “It is important to invest in systems to help replicate, expand, and deliver services,” says York. “Project management software can help because it encourages nonprofits to examine program or service changes and how to manage moving forward.” Sears believes that AmeriCares donors will support the return on investment the organization will achieve with the Primavera solution. “It won’t be financial returns, but rather how many more people we can help for a given dollar or how much more quickly we can respond to a need,” says Sears. “I think donors are receptive to such arguments.” And for AmeriCares, it is all about the future and increasing results. The project management environment currently may be quite simple, but IT staff plans to expand the complexity and functionality as the organization grows in its knowledge of project management and the goals it wants to achieve. “As we use the system over time, we’ll continue to refine our best practices and accumulate more data,” says Sears. “It will advance our ability to make better data-driven decisions.”

  • How do I make dashboard widgets active on logon?

    There are a few dashboard widget that are useful even when not going in Dashboard. For example, SVN Notifier sends a Growl notification when commits are made to a repository you want to watch. Or, Delivery Status does the same for status update on tracked packages. The thing is when I log into OS X, those status updates won't happen until the first time I actually enter into Dashboard, so it looks like they are not initialized at startup. How to fix this?
