• Oracle Tutor: Top 10 to Implement Sustainable Policies and Procedures

  Overview Your organization (executives, managers, and employees) understands the value of having written business process documents (process maps, procedures, instructions, reference documents, and form abstracts). Policies and procedures should be documented because they help to reduce the range of individual decisions and encourage management by exception: the manager only needs to give special attention to unusual problems, not covered by a specific policy or procedure. As more and more procedures are written to cover recurring situations, managers will begin to make decisions which will be consistent from one functional area to the next.Companies should take a project management approach when implementing an environment for a sustainable documentation program and do the following:1. Identify an Executive Champion2. Put together a winning team3. Assign ownership4. Centralize publishing5. Establish the Document Maintenance Process Up Front6. Document critical activities only7. Document actual practice8. Minimize documentation9. Support continuous improvement10. Keep it simple 1. Identify an Executive ChampionAppoint a top down driver. Select one key individual to be a mentor for the procedure planning team. The individual should be a senior manager, such as your company president, CIO, CFO, the vice-president of quality, manufacturing, or engineering. Written policies and procedures can be important supportive aids when known to express the thinking for the chief executive officer and / or the president and to have his or her full support. 2. Put Together a Winning TeamChoose a strong Project Management Leader and staff the procedure planning team with management members from cross functional groups. Make sure team members have the responsibility - and the authority - to make things happen.The winning team should consist of the Documentation Project Manager, Document Owners (one for each functional area), a Document Controller, and Document Specialists (as needed). Assign Ownership It is virtually impossible to keep process documentation simple and meaningful if employees who are far removed from the activity itself create it. It is impossible to keep documentation up-to-date when responsibility for the document is not clearly understood.Key to the Tutor methodology, therefore, is the concept of ownership. Each document has a single owner, who is responsible for ensuring that the document is necessary and that it reflects actual practice. The owner must be a person who is knowledgeable about the activity and who has the authority to build consensus among the persons who participate in the activity as well as the authority to define or change the way an activity is performed. The owner must be an advocate of the performers and negotiate, not dictate practices.In the Tutor environment, a document's owner is the only person with the authority to approve an update to that document. 4. Centralize Publishing Although it is tempting (especially in a networked environment and with document management software solutions) to decentralize the control of all documents -- with each owner updating and distributing his own -- Tutor promotes centralized publishing by assigning the Document Administrator (gate keeper) to manage the updates and distribution of the procedures library. 5. Establish a Document Maintenance Process Up Front (and stick to it) Everyone in your organization should know they are invited to suggest changes to procedures and should understand exactly what steps to take to do so. Tutor provides a set of procedures to help your company set up a healthy document control system. There are many document management products available to automate some of the document change and maintenance steps. Depending on the size of your organization, a simple document management system can reduce the effort it takes to track and distribute document changes and updates. Whether your company decides to store the written policies and procedures on a file server or in a database, the essential tasks for maintaining documents are the same, though some tasks are automated. 6. Document Critical Activities Only The best way to keep your documentation simple is to reduce the number of process documents to a bare minimum and to include in those documents only as much detail as is absolutely necessary. The first step to reducing process documentation is to document only those activities that are deemed critical. Not all activities require documentation. In fact, some critical activities cannot and should not be standardized. Others may be sufficiently documented with an instruction or a checklist and may not require a procedure. A document should only be created when it enhances the performance of the employee performing the activity. If it does not help the employee, then there is no reason to maintain the document. Activities that represent little risk (such as project status), activities that cannot be defined in terms of specific tasks (such as product research), and activities that can be performed in a variety of ways (such as advertising) often do not require documentation. Sometimes, an activity will evolve to the point where documentation is necessary. For example, an activity performed by single employee may be straightforward and uncomplicated -- that is, until the activity is performed by multiple employees. Sometimes, it is the interaction between co-workers that necessitates documentation; sometimes, it is the complexity or the diversity of the activity.7. Document Actual Practices The only reason to maintain process documentation is to enhance the performance of the employee performing the activity. And documentation can only enhance performance if it reflects reality -- that is, current best practice. Documentation that reflects an unattainable ideal or outdated practices will end up on the shelf, unused and forgotten.Documenting actual practice means (1) auditing the activity to understand how the work is really performed, (2) identifying best practices with employees who are involved in the activity, (3) building consensus so that everyone agrees on a common method, and (4) recording that consensus.8. Minimize Documentation One way to keep it simple is to document at the highest level possible. That is, include in your documents only as much detail as is absolutely necessary.When writing a document, you should ask yourself, What is the purpose of this document? That is, what problem will it solve?By focusing on this question, you can target the critical information.• What questions are the end users likely to have?• What level of detail is required?• Is any of this information extraneous to the document's purpose? Short, concise documents are user friendly and they are easier to keep up to date. 9. Support Continuous Improvement Employees who perform an activity are often in the best position to identify improvements to the process. In other words, continuous improvement is a natural byproduct of the work itself -- but only if the improvements are communicated to all employees who are involved in the process, and only if there is consensus among those employees.Traditionally, process documentation has been used to dictate performance, to limit employees' actions. In the Tutor environment, process documents are used to communicate improvements identified by employees. How does this work? The Tutor methodology requires a process document to reflect actual practice, so the owner of a document must routinely audit its content -- does the document match what the employees are doing? If it doesn't, the owner has the responsibility to evaluate the process, to build consensus among the employees, to identify "best practices," and to communicate these improvements via a document update. Continuous improvement can also be an outgrowth of corrective action -- but only if the solutions to problems are communicated effectively. The goal should be to solve a problem once and only once, which means not only identifying the solution, but ensuring that the solution becomes part of the process. The Tutor system provides the method through which improvements and solutions are documented and communicated to all affected employees in a cost-effective, timely manner; it ensures that improvements are not lost or confined to a single employee. 10. Keep it Simple Process documents don't have to be complex and unfriendly. In fact, the simpler the format and organization, the more likely the documents will be used. And the simpler the method of maintenance, the more likely the documents will be kept up-to-date. Keep it simply by:• Minimizing skills and training required• Following the established Tutor document format and layout• Avoiding technology just for technology's sake No other rule has as major an impact on the success of your internal documentation as -- keep it simple. • Configuration "diff" across Oracle WebCenter Sites instances

  Problem Statement With many Oracle WebCenter Sites environments - how do you know if the various configuration assets and settings are in sync across all of those environments? Background At Oracle we typically have a "W" shaped set of environments.  For the "Production" environments we typically have a disaster recovery clone as well and sometimes additional QA environments alongside the production management environment. In the case of www.java.com we have 10 different environments. All configuration assets/settings (CSElements, Templates, Start Menus etc..) start life on the Development Management environment and are then published downstream to other environments as part of the software development lifecycle. Ensuring that each of these 10 environments has the same set of Templates, CSElements, StartMenus, TreeTabs etc.. is impossible to do efficiently without automation. Solution Summary  The solution comprises of two components. A JSON data feed from each environment. A simple HTML page that consumes these JSON data feeds.  Data Feed: Create a JSON WebService on each environment. The WebService is no more than a SiteEntry + CSElement. The CSElement queries various DB tables to obtain details of the assets/settings returning this data in a JSON feed. Report: Create a simple HTML page that uses JQuery to fetch the JSON feed from each environment and display the results in a table. Since all assets (CSElements, Templates etc..) are published between environments they will have the same last modified date. If the last modified date of an asset is different in the JSON feed or is mising from an environment entirely then highlight that in the report table. Example Solution Details Step 1: Create a Site Entry + CSElement that outputs JSON Site Entry & CSElement Setup  The SiteEntry should be uncached so that the most recent configuration information is returned at all times. In the CSElement set the contenttype accordingly: Step 2: Write the CSElement Logic The basic logic, that we repeat for each asset or setting that we are interested in, is to query the DB using <ics:sql> and then loop over the resultset with <ics:listloop>. For the generation of the JSON data structure you could use Jettison (the library ships with the 11.1.1.8 version of the product), native Java 7 capabilities or (as the above example demonstrates) you could roll-your-own JSON output but that is not advised. • Login as SYS user to Oracle 11g from .NET

  Using the Oracle Data Provider for .NET, my application connects to the database using the privileged SYS user. The connection string is as follows: Data Source=MyTnsName;User ID=sys;Password=MySysPassword;DBA Privilege=SYSDBA This works fine with Oracle 10, but Oracle 11 keeps complaining about an invalid username or password. I verified that the password is correct - other apps work fine with the same credentials. Note that for regular users (without the DBA Privilege part), connecting to Oracle 11 works perfectly. So, what's wrong? Update: This is not an issue with case sensitivity - when constructing the connection string, the password case is not altered by my code, and the password works fine with other, non-.NET-applications. I suspect that this might be caused by the Oracle 10 client I'm using to connect to the 11 database. Oracle states that the client is upward-compatible, the only drawback being that you cannot use some new features of the database. However, SYSDBA connections clearly are not a new Oracle 11 feature, and - again - a non-.NET-app (Keeptool Hora) can connect using the same setup. Any other ideas? Update 2: The problem persists when using an Oracle 11 client :-(

  All those years that I am working with WebLogic, the BEA and Oracle era are the most well known about WebLogic evolving into a worldwide Enterprise platform for Java applications, being used by multinationals around the globe. But how did it all begin? Besides from the spare info you find on some Internet pages, I was eager to hear it in person from one of the founders of WebLogic back in 1995, before the BEA era, Laurie Pitman. Four young people, Carl Resnikoff, Paul Ambrose, Bob Pasker, and Laurie Pitman, became friends and colleagues about the time of the first release of Java in 1995. Between the four of them, they had an MA in American history, an MA in piano, an MS in library systems, a BS in chemistry, and a BS in computer science. They had come together kind of serendipitously, interested in building some web tools exclusively in Java for the emerging Internet web application market. They found many things to like about each other, some overlap in our interests, but also a lot of well-placed differences which made a partnership particularly interesting. This blog explains the use case for the service, gives an overview of the software architecture, and briefly discusses GML as markup language for geographical data. Part 2 of this blog provides pointers on the implementation of the service while part 3 discusses the deployment on Oracle WebLogic Server. Use Case The "BAG" (Basisregistratie Adressen en Gebouwen) is a Dutch national database containing information on all addresses and buildings in the Netherlands, and is maintained by Dutch municipalities. • Customer Experience Gipfel – ein Nachbericht

  Am 14. Juni fand der Customer Experience Gipfel statt, der von Dialogum exklusiv für Oracle und seine Partner durchgeführt wurde. Dort konnten Partner und Endkunden über die Zukunft des Kundenmanagements diskutieren und erfuhren, was sich hinter dem Begriff „Customer Experience“ alles verbirgt. Die Konferenz begann mit einem Networking Dinner am Vorabend, an dem den 80 Teilnehmern in einer ersten Präsentation das Thema „Mobile Commerce“ vorgestellt wurde. Nach einem guten Abendessen hatten alle die Möglichkeit, auf einer Großleinwand beim EM-Spiel Deutschland gegen Holland mitzufiebern. Insgesamt war es ein sehr gelungener Abend, waren die deutschen Jungs doch siegreich und sicherten sich den Einzug ins Viertelfinale. Der Customer Experience Gipfel selbst hat dann alle Erwartungen übertroffen: 150 Teilnehmer, ein Drittel mehr als erwartet, zeigten großes Interesse an Multichannel-Strategien, Loyalty und wie man jeden einzelnen Schritt des Kunden im Kontakt mit dem Unternehmen zu einem positiven Kundenerlebnis werden lässt. So standen überwiegend Unternehmenspräsentationen aus den unterschiedlichen Branchen wie Telekommunikation, Handel oder Travel & Transportation auf dem Programm. Neun Round Tables, fast alle von den teilnehmenden Oracle Partnern moderiert, und 1:1-Gespräche rundeten die Konferenz ab. Und Zeit zum Networking blieb natürlich auch. Bei diesem Angebot war das Teilnehmer-Fazit demnach durchwegs positiv, vor allem sind die Kunden (und Partner) schon auf Oracle Customer Experience (CX) und die Vorteile für das eigene Kundenmanagement gespannt. • Dutch ACEs SOA Partner Community Award Celebration

  When you win you need to celebrate. This was the line of thinking when I found out that I was part of a group that won the Oracle SOA Community Country Award. Well – thinking about a party is one thing, preparing it and finally having the small party is something completely different. It starts with finding a date that would be suitable for the majority of invited people. As you can imagine the SOA ACEs and ACE Directors have a busy life, that takes them places. Alongside that they are engaged with customers who want to squeeze every bit of knowledge out of them. So everybody is pretty busy (that’s what makes you an ACE). After some deliberation (and checks of international Oracle events, Trip-it, blogs and tweets) a date was chosen. Meeting on a Friday evening for some drinks is probably not a Dutch-only activity. But as some of the ACEs are self-employed they miss the companies around them to organize such events. Come the day a turn-out of almost 50% was great – although I expected some more folks . This was mainly due to some illness and work overload. Luckily the mini-party got going, (alcoholic) beverages were consumed, food was appreciated, a decent picture was made (see below) and all had a good chat and hopefully a good time. • 32-bit oracle 10g client to 64-bit oracle 10g server

  Due to a 3rd party application's requirement, I may be forced to use 32-bit client of Oracle 10gR2 on the application server to connect to a 64-bit DB server oracle 10gR2 (10.2.0.4.0 - 64bit;another box). The OS is SUSE Linux ver 10. Platform is x86. There are no problems connecting to 64-bit DB server via 32-bit client. I have tested this. Does this result in performance degradation? Does Oracle or anyone else has any recommendations about this kind of scenario? Searched the net without much gain. Please help. Thanks.

  Great news! Oracle WebLogic Server is now free for developers! What does this mean for you? That you as a developer are permitted to: "[...] deploy the programs only on your single developer desktop computer (of any type, including physical, virtual or remote virtual), to be used and accessed by only (1) named developer." But the most interesting part of the license change is this one: "You may continue to develop, test, prototype and demonstrate your application with the programs under this license after you have deployed the application for any internal data processing, commercial or production purposes" (Read the full license agreement here). Wir hatten es angekündigt, das Thema Cloud wird uns hier im Blog so schnell nicht loslassen: Am Freitag hat nun Oracle sein erstes Unix-Betriebssystem auf den Markt gebracht, das explizit für die Cloud designt wurde: Solaris 11 heißt es und hier ist die Assoziation zu Stanislaw Lems gleichnamigem Science Fiction-Roman durchaus angebracht: Schließlich gilt Cloud Computing als die Technologie der Zukunft schlechthin. Was bietet Solaris 11, welchen Nutzen können die Oracle Partner daraus ziehen? "Kunden können ihre Betriebsabläufe vereinfachen, die Kapazitäten ihrer Rechenzentren erhöhen und Unternehmensanwendungen von Oracle und anderen in einer sicheren, skalierbaren Cloud oder in einer klassischen Unternehmensumgebung laufen lassen“, fasst John Fowler, Executive Vice President, Systems zusammen.
