  • Using VLOOKUP in Excel

    VLOOKUP is one of Excel’s most useful functions, and it’s also one of the least understood.  In this article, we demystify VLOOKUP by way of a real-life example.  We’ll create a usable Invoice Template for a fictitious company. So what is VLOOKUP?  Well, of course it’s an Excel function.  This article will assume that the reader already has a passing understanding of Excel functions, and can use basic functions such as SUM, AVERAGE, and TODAY.  In its most common usage, VLOOKUP is a database function, meaning that it works with database tables – or more simply, lists of things in an Excel worksheet.  What sort of things?   Well, any sort of thing.  You may have a worksheet that contains a list of employees, or products, or customers, or CDs in your CD collection, or stars in the night sky.  It doesn’t really matter. Here’s an example of a list, or database.  In this case it’s a list of products that our fictitious company sells: Usually lists like this have some sort of unique identifier for each item in the list.  In this case, the unique identifier is in the “Item Code” column.  Note:  For the VLOOKUP function to work with a database/list, that list must have a column containing the unique identifier (or “key”, or “ID”), and that column must be the first column in the table.  Our sample database above satisfies this criterion. The hardest part of using VLOOKUP is understanding exactly what it’s for.  So let’s see if we can get that clear first: VLOOKUP retrieves information from a database/list based on a supplied instance of the unique identifier. Put another way, if you put the VLOOKUP function into a cell and pass it one of the unique identifiers from your database, it will return you one of the pieces of information associated with that unique identifier.  In the example above, you would pass VLOOKUP an item code, and it would return to you either the corresponding item’s description, its price, or its availability (its “In stock” quantity).  Which of these pieces of information will it pass you back?  Well, you get to decide this when you’re creating the formula. If all you need is one piece of information from the database, it would be a lot of trouble to go to to construct a formula with a VLOOKUP function in it.  Typically you would use this sort of functionality in a reusable spreadsheet, such as a template.  Each time someone enters a valid item code, the system would retrieve all the necessary information about the corresponding item. Let’s create an example of this:  An Invoice Template that we can reuse over and over in our fictitious company. First we start Excel… …and we create ourselves a blank invoice: This is how it’s going to work:  The person using the invoice template will fill in a series of item codes in column “A”, and the system will retrieve each item’s description and price, which will be used to calculate the line total for each item (assuming we enter a valid quantity). For the purposes of keeping this example simple, we will locate the product database on a separate sheet in the same workbook: In reality, it’s more likely that the product database would be located in a separate workbook.  It makes little difference to the VLOOKUP function, which doesn’t really care if the database is located on the same sheet, a different sheet, or a completely different workbook. In order to test the VLOOKUP formula we’re about to write, we first enter a valid item code into cell A11: Next, we move the active cell to the cell in which we want information retrieved from the database by VLOOKUP to be stored.  Interestingly, this is the step that most people get wrong.  To explain further:  We are about to create a VLOOKUP formula that will retrieve the description that corresponds to the item code in cell A11.  Where do we want this description put when we get it?  In cell B11, of course.  So that’s where we write the VLOOKUP formula – in cell B11. Select cell B11: We need to locate the list of all available functions that Excel has to offer, so that we can choose VLOOKUP and get some assistance in completing the formula.  This is found by first clicking the Formulas tab, and then clicking Insert Function:   A box appears that allows us to select any of the functions available in Excel.  To find the one we’re looking for, we could type a search term like “lookup” (because the function we’re interested in is a lookup function).  The system would return us a list of all lookup-related functions in Excel.  VLOOKUP is the second one in the list.  Select it an click OK… The Function Arguments box appears, prompting us for all the arguments (or parameters) needed in order to complete the VLOOKUP function.  You can think of this box as the function is asking us the following questions: What unique identifier are you looking up in the database? Where is the database? Which piece of information from the database, associated with the unique identifier, do you wish to have retrieved for you? The first three arguments are shown in bold, indicating that they are mandatory arguments (the VLOOKUP function is incomplete without them and will not return a valid value).  The fourth argument is not bold, meaning that it’s optional:   We will complete the arguments in order, top to bottom. The first argument we need to complete is the Lookup_value argument.  The function needs us to tell it where to find the unique identifier (the item code in this case) that it should be retuning the description of.  We must select the item code we entered earlier (in A11). Click on the selector icon to the right of the first argument: Then click once on the cell containing the item code (A11), and press Enter: The value of “A11” is inserted into the first argument. Now we need to enter a value for the Table_array argument.  In other words, we need to tell VLOOKUP where to find the database/list.  Click on the selector icon next to the second argument: Now locate the database/list and select the entire list – not including the header line.  The database is located on a separate worksheet, so we first click on that worksheet tab: Next we select the entire database, not including the header line: …and press Enter.  The range of cells that represents the database (in this case “’Product Database’!A2:D7”) is entered automatically for us into the second argument. Now we need to enter the third argument, Col_index_num.  We use this argument to specify to VLOOKUP which piece of information from the database, associate with our item code in A11, we wish to have returned to us.  In this particular example, we wish to have the item’s description returned to us.  If you look on the database worksheet, you’ll notice that the “Description” column is the second column in the database.  This means that we must enter a value of “2” into the Col_index_num box: It is important to note that that we are not entering a “2” here because the “Description” column is in the B column on that worksheet.  If the database happened to start in column K of the worksheet, we would still enter a “2” in this field. Finally, we need to decide whether to enter a value into the final VLOOKUP argument, Range_lookup.  This argument requires either a true or false value, or it should be left blank.  When using VLOOKUP with databases (as is true 90% of the time), then the way to decide what to put in this argument can be thought of as follows: If the first column of the database (the column that contains the unique identifiers) is sorted alphabetically/numerically in ascending order, then it’s possible to enter a value of true into this argument, or leave it blank. If the first column of the database is not sorted, or it’s sorted in descending order, then you must enter a value of false into this argument As the first column of our database is not sorted, we enter false into this argument: That’s it!  We’ve entered all the information required for VLOOKUP to return the value we need.  Click the OK button and notice that the description corresponding to item code “R99245” has been correctly entered into cell B11: The formula that was created for us looks like this: If we enter a different item code into cell A11, we will begin to see the power of the VLOOKUP function:  The description cell changes to match the new item code: We can perform a similar set of steps to get the item’s price returned into cell E11.  Note that the new formula must be created in cell E11.  The result will look like this: …and the formula will look like this: Note that the only difference between the two formulae is the third argument (Col_index_num) has changed from a “2” to a “3” (because we want data retrieved from the 3rd column in the database). If we decided to buy 2 of these items, we would enter a “2” into cell D11.  We would then enter a simple formula into cell F11 to get the line total: =D11*E11 …which looks like this… Completing the Invoice Template We’ve learned a lot about VLOOKUP so far.  In fact, we’ve learned all we’re going to learn in this article.  It’s important to note that VLOOKUP can be used in other circumstances besides databases.  This is less common, and may be covered in future How-To Geek articles. Our invoice template is not yet complete.  In order to complete it, we would do the following: We would remove the sample item code from cell A11 and the “2” from cell D11.  This will cause our newly created VLOOKUP formulae to display error messages: We can remedy this by judicious use of Excel’s IF() and ISBLANK() functions.  We change our formula from this…       =VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE) …to this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE)) We would copy the formulas in cells B11, E11 and F11 down to the remainder of the item rows of the invoice.  Note that if we do this, the resulting formulas will no longer correctly refer to the database table.  We could fix this by changing the cell references for the database to absolute cell references.  Alternatively – and even better – we could create a range name for the entire product database (such as “Products”), and use this range name instead of the cell references.  The formula would change from this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE)) …to this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,Products,2,FALSE)) …and then copy the formulas down to the rest of the invoice item rows. We would probably “lock” the cells that contain our formulae (or rather unlock the other cells), and then protect the worksheet, in order to ensure that our carefully constructed formulae are not accidentally overwritten when someone comes to fill in the invoice. We would save the file as a template, so that it could be reused by everyone in our company If we were feeling really clever, we would create a database of all our customers in another worksheet, and then use the customer ID entered in cell F5 to automatically fill in the customer’s name and address in cells B6, B7 and B8.   • Problem with XLSX file on Office 2003 with Compatibility Pack

    I've this machine which has Office 2003 installed with Compatibility Pack. User received one file which she has to work with in XLSX format (file has to stay in that format so options to save it as XLS can be skipped). When she opens the file from Desktop or any other location it gives an error like "Cannot find the file in following location" and in the background it starts Converting XLSX file to XLS. In the end Excel is opened up with some random file name X000008.xls (Read Only) which is just 1 to 1 conversion of the XLSX document. However if I go directly to Excel and use File / Open and try to open the XLSX file no error or conversion is done. The file is writable and can be saved in XLSX format. The file name is simple like This_file something.XLSX, I've even tried to remove all spaces but it gave no better results. Anyone has any recommendations? So far I have done: 1. Uninstalled Compatibility Pack and installed it again. Tried opening it without any other updates and the error still pops out. In progress: I am now running all possible updates of office (like 5 of them) which i suppos won't fix anything (as they were applied when I've uninstalled compatibility pack). Next in run will be (not yet done) installing Windows XP SP3. What other things I can do?

    Have a noisy, power-hungry Pentium 4 based Ubuntu server that I want to replace with a nice, low-power mini-ITX/Intel Atom-based machine to do my network services (DHCP, DNS, IPSec, Web/mail, FTP, etc.) and am thinking of a (hopefully) equally-low powered NAS using NFS over GbE with at least 1 TB space and a RAID 5 (preferred) or RAID 0 (likely) configuration for redundancy with a couple of spare disks I can swap in as needed down the road. Would I be better off getting a full sized ATX mobo/case and configuring the RAID internally? I really want to keep power consumption down as much as possible as I leave my home server up 24/7.

  • Home networking - Wireless switch?

    I currently have a Linksys WRT160N that has a couple wireless clients and a few wired clients. We are planning to switch from DSL to cable and unfortunately, there isn't a cable point in a location close to the wired clients (i.e. the new location of the router would be too far from the wired clients to lay Ethernet cables). Thus, I was wondering if there was a wireless switch of some sort in which it would be a standard Ethernet switch that would connect to my wireless network? (This is a home network,of course.)

    Hi, I have several machines (both virtual and physical) in my internal network at home. Currently I have to connect via 1P addresses. The one main machine I connect with to all the other machines is running Windows Vista. Is there a way I can have some sort of DNS capability inside my network as well so I can refer to these machines with a name? I think this would be a common problem in most households (running a few computers) and I think there might be some simple solutions out there. This would be something most routers should support out of the box - but why don't they? Can anyone recommend some of these or an easy way to accomplish this?

  • Configuring home wireless network

    I'm new to setting up a home wireless network. I have Comcast tv/internet/phone service (modem included) as well as a wireless router. My question is pretty basic. How can I tell the performance of the following parts of the network? 1. incoming internet speed 2. speed of the modem 3. speed of the wireless router I basically want as fast an internet connection as possible, of course, but I'm not sure where to look for the bottleneck (and so, not sure where I can spend some money to speed things up). Right now I'm getting about 36 Mbps (as it shows in Windows). If I run an online speed test (xfinity has one) it shows Average download speed of 14.91 Mbps and Average upload speed of 5.72 Mbps. Thanks for your help.

  • How do I increase my home's bandwidth?

    I just mistakingly posted this on Stack Exchange but don't know how to delete it... Anyway, I was thinking of building a home server to use instead of renting a VPS, because in the long run it would be cheaper. What I'm concerned with is the bandwidth limit of my house. I know when I'm downloading something off the internet, if I download at high speeds the rest of the computers connected to my router will become slower. Is there any way to avoid this? There are other cable outlets in my house, will connecting a modem and router there avoid this problem?

  • Windows Vista home premium upgrade to Windows 7 ultimate

    I have 2 laptops with Vista Home Premium editions. I bought the upgrade license from MS, to upgrade one of my laptops. I have upgraded one of the laptops fine. Now the question is, If I want to upgrade the second laptop but uninstall the windows 7 on the first one, would this be possible. I am only wanting to swap the OS onto the other laptop as the other one is faster. Is this possible? and if so how can it be done?

  • User's home drive permissions don't contain system or administrators on Windows Server 2008 R2

    I have a user whose home drive has only that user in the permissions. No administrators, etc. I have tried to take ownership as a local administrator however I cant seem to apply settings to the child objects -- it still gives me a permission denied error. I know there are some handy CLI utils that can redo permissions. Any ideas? Or even a way to do it through Windows? The file server is a 2008 R2 server.

  • Is to possible to achieve the SATA II's 3Gbps (375MBps) between home network storage and home computers?

    Gigabit ethernet only has 1Gbps (125MBps), whereas SATA II has up to three times that rate. Is it possible to achieve the rate of three times Gigabit ethernet connection which is SATA II speeds, between home network storage and the laptops and desktops with SATA II hard drives? If so, how? Or, is the limitation of a gigabit ethernet port on the laptops the limitng factor, making 1000Gbps the fastest practical transfer speed possible? (practical, meaning that without taking apart the laptop and doing physical modifications like branching a SATA II transfer cable, etc.) -- I just realized -- wouldn't a USB 3.0 cable do the trick? Since USB 3.0 can reach up to 675MBps?

    Hi everyone, After more than 12 years working with computers, I am still way behind when it comes to networking, so please bear with me :) As of this Christmas, the number of computers in my home has increased and it's well about time to upgrade the current network hardware in order to offer LAN connection to all computers. Trying to find a cheap solution, A close friend offered me a great deal on a "enterprise-class" Switch from HP (more LAN ports than I would ever need), at the same price as what a brand new Netgear or D-link Switch with 6/8 ports would cost me in retail. Would it be common sense to get this one and start using it immediately and never again have to worry about running out of LAN connections, or am I taking on a bigger bite than what I could chew?

  • Suggestions for a SOHO/Home Asterisk system

    I would like to buy a small embedded system that runs Linux and Asterisk. I would like two FXS ports ( to plug analogue phones into ) and one FXO port ( to plug in to my real line to allow access to the POTS ). I would like it to have a USB port to hold storage for voicemail. I really want it for home use so I would like it to be under £150 ( say $250 ), given that you can buy ADSL routers for around this much can any of them be made to run Linux and Asterisk? I don't want a PC as the power usage would be too high. I am looking for something like this ASDL router but open and able to run Asterisk or another open PBX. At worst I would like a box which had one FXO and two FXS and just made them completely available over IP to a full Asterisk system on a low power Atom system.

    I have a Windows Home Server that chunks along just fine most of the time. I've never bothered to put it on a UPS and so it's vulnerable to power outages that happen a few times a year. This most recent time, it came back and seemed to be fine, but whenever I try to access a shared folder I get "Passwords do not match". They matched before the power went out, and I couldn't update the WHS password since I apparently didn't know the old one. How do I fix this? (I asked this on ServerFault and they recommended it be asked here instead)

    I'm looking for a Home Media Server which can stream videos to various devices including iPhone, iPad, Windows Machines, Android etc. I wouldn't want to install any client on any device; a web interface will be preferred. Also, it should be able to read videos of as many formats as possible and should stream by transcoding the resolution and format according to device's specifications. I have a fairly powerful machine on which I'm free to install Windows 7 or Linux. The streaming will be done over a g/n WiFi router or Ethernet locally. What is the suggested solution in my case?

  • How to prevent Windows Home server waking for backup

    Since changing the motherboard in my Windows home server it has been switching itself on every night to perform a scheduled backup. I don't want this to happen though, I want to switch the server on using Wake on lan, but I want to manually perform backups if/when required. I know I can disable backups of each computer, and the machine wont turn on, but I want to allow manually triggered backups, or automatic backups if the homeserver is on, but if its in sleep mode, I wish it to stay in that state unless I wake it. How can this be achieved?

  • Add a netbook to an existing Windows XP home network

    I've got a home network set up with a couple of Windows XP computers. I'm now trying to add our new netbook to it - also running XP. (The goal is to share files and a printer.) I have run the Network Setup Wizard and made sure that the workgroup name is the same as the others, and have rebooted several times, but whenever I try to 'view workgroup computers,' the only one on it is the netbook. I have a Windows XP CD, but the netbook has no drive. The wizard has some options for floppy disks, but that's useless to me these days. What is this wizard actually trying to do, and can I do it manually? Surely it can't be this hard.

  • Issue Connecting two home networks

    Hi, I have a home networking question. I have two DLINK wireless/wired routers in my house, connected to the Internet ISP. There are a 2 computers on each of the two networks. Network1: has 192.168.0.0 (gateway) Valid IP'S range - 192.168.0.1 - 192.168.0.10, with COMP1 having a fixed IP of 162.168.0.1 Network2: has 192.168.0.100 (gateway) Valid IP'S range - 192.168.0.101 - 192.168.0.110 with COMP2 having a static IP of 162.168.0.101, a WIRELESS printer on 192.168.0.102 Both routers have a netmask of 255.255.255.0 My need is to connect the two routers, so that I can Remote desktop for COMP1 to COMP2 and viceversa, and COMP1 to connect to the wireless printer on Network2. can anyone help to set this up so that the both networks can talk to each other. Any help is appreciated. -Alex

  • Home Network Photo Server

    I am looking for a photo solution for our home network. We have several computers, running windows and OS X. I would like to store all of our photos in a central location, and have them be accessible from any machine. Most of our photos are currently in an iPhoto library, and ideally there would still be a way to import photos from the server to iPhoto easily. This can run really on any operating system, but it must be easily accessible for anybody. A gallery type view would be good, but also must allow direct file access and transfers. Anybody have a solution that works for them, or any ideas of what I could do?

  • Office 2010 OCT Outlook Filepaths

    I'm playing around with customizing Office 2010 installs on my network, normally I just do a full manual install, but as the environment grows and the lazier I get its becoming a pain to do it manually every time. I've read up and downloaded the Office 2010 OCT tool and it looks relatively straight forward - with one exception - the Outlook Profile. I can 'get around it' by just leaving it all as default (or not enabling offline use) but I'd like to customise it slightly so that its all setup no matter who logs onto the PC. The only issue I have, and my question is: In the OCT - Outlook section What do you enter into the Path and Filename for the OST file and the Offline Address book seetings under Enable Offline Use section? I'm sweet with everything else - just that one section, and I think if I bugger that one it will kill the whole Outlook Profile?? It would need to go into each users unique filepath for their profile correct? I have a fair idea of what should be there but I'm struggling with the correct syntax. I know this is a stupid question....but its late in the day and my brain is fried ;) As usual - any and all help/assistance is appreciated ;)

    I have had to reinstall Home Server on my server and I would now like to restore it back to the state it was the last moment it stopped. I have the hard drive in a state it was last in, which is a small 250 gb hard disk. I have now installed 1.5tb hard disks, and installed a full licenced copy, as the original copy was a trial version. So I'm in a state where I have a new install, I have one of the old drives plugged in, but I can't transfer the old backups across, how do I do this?
