  • Routing with VPN and asymmetric communication

    I'm stumbling on a problem that requires your advice. Keywords : networking, route, openVPN Problem : I have a local network with several physical servers and VMs. These machines have ip's in the range 10.10.x.x. I can access these machines from the Internet with the help of openVPN. These machines can : access each other within the local 10.10.x.x subnet access the Internet via the VPN can themselves be accessed (via SSH) from the Internet via the VPN. There is one machine however that behaves strangely and I don't know why. I can SSH into this machine from anywhere via SSH and I can also PING it from anywhere (including the Internet). However from this machine (i.e. when logged into it) I cannot access the Internet or ping machines outside the local network. In other words it will not go beyond the VPN. My question is why?   • What router hardware or software should be used when multiple public IPs are routed into the same LAN?

    I am looking for recommendations to replace a set of consumer grade (Linksys, Netgear, Belkin) routers with something that can handle more traffic while routing more than one static public IP into the same LAN address space. We have a block of static public IPs, 5 usable, with Comcast Business. Currently four of them are in use for: General office access Web server Mail and DNS servers Download and backup web server for separate business All systems (a mixture of physical and virtual) are in the same LAN address space (10.x.y.0/24) to enable easy access between them inside the office. There are 30 or more systems in use depending on which virtual machines are currently active. We have a mixture of Windows, Linux, FreeBSD, and Solaris. Currently a separate consumer grade router is used for each of the four static addresses, with its WAN address set to the specific static address and a different gateway address for each: uses 10.x.y.1 - various ports are forwarded to various LAN IPs on systems with gateway 10.x.y.1 uses 10.x.y.254 - port 80 is forwarded to a server with gateway 10.x.y.254 uses 10.x.y.253 - ports for mail and dns are forwarded to a server with gateway 10.x.y.253 uses 10.x.y.252 - ports as needed are forwarded to server with gateway 10.x.y.252 Only router 1. is allowed to serve DHCP and address reservation based on the MAC is used for most of the internal "server" IP addresses so they are at fixed values. [Some are set static due to limitations in the address reservation capabilities of router 1.] And, yes, this really does work! But... I am looking for: better DHCP with more capable address reservation higher capacity so I don't have to periodically power cycle the routers One obvious improvement would be to have a real DHCP server and not use a consumer grade router for that purpose. I am torn between buying a "professional" router such as Cisco or Juniper or Sonic Wall verus learning to configure some spare hardware to perform this function. The price goes up extremely rapidly with capabilities for commercial routers! Worse, some routers require licensing based on the number of clients - a disaster in our environment with so many virtual machines. Sorry for such a long posting but I am getting tired of having to power cycle routers and deal with shifting IP addresses afterwards!

    Until recently I was using the portable USB hard drive in my win 7 laptop and ubuntu laptop. Suddenly now none of the laptops recognize it. This is the message i get by doing lsusb...   • TrueCrypt partition will no longer mount

    I am hoping for some advice to help me out of my situation, with luck. I have a computer running Windows 7 Ultimate x64 with 3 hard disks installed. On my 2TB hard disk 2 (non-system disk) I have 4 partitions. One is for music, another for video, a downloads partition and a 500GB RAW Truecrypt encrypted partition / volume that I had setup to mount with 4 photographs used as keyfiles. The 4 photographs are located in my 'Documents' partition which is one of four partitions on my 1.5TB hard disk 1 (non-system disk) When I setup the disk encryption I did not (I'm 99% sure) create a password, I only used the 4 photograph keyfiles to mount the volume. Recently my 1TB hard disk 0 (system / boot) started to fail so I decided to replace it. I was going to clone the old disk to a new disk but decided that a fresh installation would be more beneficial. Once I had transferred all the required 'User Data' from my old hard disk 0 (C: disk) I discarded it. I reinstalled Truecrypt, pointed to the partition, selected my 4 keyfiles photographs and I mounted my encrypted volume with no issues. In fact I mounted it several times after re-installing Windows and after reboots. Now all of a sudden when I try and mount it I get the message "incorrect keyfile(s) and/or password or not a Truecrypt volume". Now I am not sure why this happened as I do not recall exactly what I did between last mounting the volume successfully and it not mounting. Here are some of the possible things I may have done to cause it to stop working but I am at a loss as to where to start to try and resolve the problem. 1. I had swapped the drive letters to a preferred order. 2. I possibly swapped the physical SATA connectors on the mainboard. 3. I enabled 'Hot Plugging' for the two non-system hard disk SATA ports and the DVD SATA port in the BIOS. I have tried changing the encrypted partition drive letter as suggested in another post but this does not help. On my old system the encrypted drive was drive "X". I have about tried it with all the other free drive letters but alas nothing changes. I do not recall what drive letter was allocated to the encrypted partition before I changed them all. I have not tried to change the letter back to what it possibly was to start with as I am happy with the current layout. I will try this is anyone thinks it would be worthwhile though. I do hope I have managed to convey my situation in an understandable manner and live in hope someone could help me recover years of personal files.   • A Windows Update Prevented Live Discs From Working?

    First off I'll state my system specs. Acer Aspire M1100 Windows Vista Home Basic 32bit OEM 2 Gigs of DDR2 ram 160Gig hard drive 2.7Ghz AMD Athlon 64 processor ATI Radeon X1250 Graphics card A few days ago my computer did automatic updates and updated windows defender to KB915597 (Definition 1.135.415.0), After which when shutting down and starting up I would receive BSOD with the information BUGCODE_USE_DRIVER and 0x000000FE (0x00000008, 0x00000006, 0x00000006, 0x877330000) upon where my computer would not start up with any USB devices plugged in and it always require me to run startup repair before it started. Upon when I first started it up and was able to fully boot windows, I had no use of the mouse so I was unable to install the fix that the windows solutions center brought up on my screen, so I restarted again and installed the fix hoping it would cease the problem, it did not. Upoon starting up after installing the fix and restarting I was confronted with the BSOD 0x000000FE (0x00000008, 0x00000006, 0x00000006, 0x83291000) at which I found the startup repair could not fix the problem and I restored, as I most like should have in the first place. After going through that I read that simply installing the latest defender version from the microsoft site had fixed this problem for others, so I did that, to find I still received the BSOD's. So in a attempt to find a fix to the problem I went to the microsoft answers site to try to find a way to fix the problem, there I was told to simply disable defender and reboot to see if that fixed the problem, upon doing this my computer would no longer even startup, when I boot normally I get to just when the loading screen finishes and then my computer restarts and when I run startup repair, it runs for about 15 seconds and then my computer restarts as well. I have tried running ubuntu live discs in order to simply access the drive and simply copy and paste the 2 month old physical backup I have of my C drive to the C drive, but whenever I run the live OS when it gets to the end of the load screen and is about to boot, the computer again restarts, yet if I put in a gparted disc, I am able to boot it fully, although it does not give me access to the file system just partition managing and when I attempt to access the internet through it, the computer once again restarts. So my question is, how could the update and what has happened prevent me from running the live OS's properly?

If you’ve been putting off getting organized because the task is too huge or daunting, or you don’t know where to start, we’ve got 40 tips to get you on the path to zen mastery of your filing system. For all those readers who would like to get their files and folders organized, or, if they’re already organized, better organized—we have compiled a complete guide to getting organized and staying organized, a comprehensive article that will hopefully cover every possible tip you could want. Signs that Your Computer is Poorly Organized If your computer is a mess, you’re probably already aware of it.  But just in case you’re not, here are some tell-tale signs: Your Desktop has over 40 icons on it “My Documents” contains over 300 files and 60 folders, including MP3s and digital photos You use the Windows’ built-in search facility whenever you need to find a file You can’t find programs in the out-of-control list of programs in your Start Menu You save all your Word documents in one folder, all your spreadsheets in a second folder, etc Any given file that you’re looking for may be in any one of four different sets of folders But before we start, here are some quick notes: We’re going to assume you know what files and folders are, and how to create, save, rename, copy and delete them The organization principles described in this article apply equally to all computer systems.  However, the screenshots here will reflect how things look on Windows (usually Windows 7).  We will also mention some useful features of Windows that can help you get organized. Everyone has their own favorite methodology of organizing and filing, and it’s all too easy to get into “My Way is Better than Your Way” arguments.  The reality is that there is no perfect way of getting things organized.  When I wrote this article, I tried to keep a generalist and objective viewpoint.  I consider myself to be unusually well organized (to the point of obsession, truth be told), and I’ve had 25 years experience in collecting and organizing files on computers.  So I’ve got a lot to say on the subject.  But the tips I have described here are only one way of doing it.  Hopefully some of these tips will work for you too, but please don’t read this as any sort of “right” way to do it. At the end of the article we’ll be asking you, the reader, for your own organization tips. Why Bother Organizing At All? For some, the answer to this question is self-evident. And yet, in this era of powerful desktop search software (the search capabilities built into the Windows Vista and Windows 7 Start Menus, and third-party programs like Google Desktop Search), the question does need to be asked, and answered. I have a friend who puts every file he ever creates, receives or downloads into his My Documents folder and doesn’t bother filing them into subfolders at all.  He relies on the search functionality built into his Windows operating system to help him find whatever he’s looking for.  And he always finds it.  He’s a Search Samurai.  For him, filing is a waste of valuable time that could be spent enjoying life! It’s tempting to follow suit.  On the face of it, why would anyone bother to take the time to organize their hard disk when such excellent search software is available?  Well, if all you ever want to do with the files you own is to locate and open them individually (for listening, editing, etc), then there’s no reason to ever bother doing one scrap of organization.  But consider these common tasks that are not achievable with desktop search software: Find files manually.  Often it’s not convenient, speedy or even possible to utilize your desktop search software to find what you want.  It doesn’t work 100% of the time, or you may not even have it installed.  Sometimes its just plain faster to go straight to the file you want, if you know it’s in a particular sub-folder, rather than trawling through hundreds of search results. Find groups of similar files (e.g. all your “work” files, all the photos of your Europe holiday in 2008, all your music videos, all the MP3s from Dark Side of the Moon, all your letters you wrote to your wife, all your tax returns).  Clever naming of the files will only get you so far.  Sometimes it’s the date the file was created that’s important, other times it’s the file format, and other times it’s the purpose of the file.  How do you name a collection of files so that they’re easy to isolate based on any of the above criteria?  Short answer, you can’t. Move files to a new computer.  It’s time to upgrade your computer.  How do you quickly grab all the files that are important to you?  Or you decide to have two computers now – one for home and one for work.  How do you quickly isolate only the work-related files to move them to the work computer? Synchronize files to other computers.  If you have more than one computer, and you need to mirror some of your files onto the other computer (e.g. your music collection), then you need a way to quickly determine which files are to be synced and which are not.  Surely you don’t want to synchronize everything? Choose which files to back up.  If your backup regime calls for multiple backups, or requires speedy backups, then you’ll need to be able to specify which files are to be backed up, and which are not.  This is not possible if they’re all in the same folder. Finally, if you’re simply someone who takes pleasure in being organized, tidy and ordered (me! me!), then you don’t even need a reason.  Being disorganized is simply unthinkable. Tips on Getting Organized Here we present our 40 best tips on how to get organized.  Or, if you’re already organized, to get better organized. Tip #1.  Choose Your Organization System Carefully The reason that most people are not organized is that it takes time.  And the first thing that takes time is deciding upon a system of organization.  This is always a matter of personal preference, and is not something that a geek on a website can tell you.  You should always choose your own system, based on how your own brain is organized (which makes the assumption that your brain is, in fact, organized). We can’t instruct you, but we can make suggestions: You may want to start off with a system based on the users of the computer.  i.e. “My Files”, “My Wife’s Files”, My Son’s Files”, etc.  Inside “My Files”, you might then break it down into “Personal” and “Business”.  You may then realize that there are overlaps.  For example, everyone may want to share access to the music library, or the photos from the school play.  So you may create another folder called “Family”, for the “common” files. You may decide that the highest-level breakdown of your files is based on the “source” of each file.  In other words, who created the files.  You could have “Files created by ME (business or personal)”, “Files created by people I know (family, friends, etc)”, and finally “Files created by the rest of the world (MP3 music files, downloaded or ripped movies or TV shows, software installation files, gorgeous desktop wallpaper images you’ve collected, etc).”  This system happens to be the one I use myself.  See below:  Mark is for files created by meVC is for files created by my company (Virtual Creations)Others is for files created by my friends and familyData is the rest of the worldAlso, Settings is where I store the configuration files and other program data files for my installed software (more on this in tip #34, below). Each folder will present its own particular set of requirements for further sub-organization.  For example, you may decide to organize your music collection into sub-folders based on the artist’s name, while your digital photos might get organized based on the date they were taken.  It can be different for every sub-folder! Another strategy would be based on “currentness”.  Files you have yet to open and look at live in one folder.  Ones that have been looked at but not yet filed live in another place.  Current, active projects live in yet another place.  All other files (your “archive”, if you like) would live in a fourth folder. (And of course, within that last folder you’d need to create a further sub-system based on one of the previous bullet points). Put some thought into this – changing it when it proves incomplete can be a big hassle!  Before you go to the trouble of implementing any system you come up with, examine a wide cross-section of the files you own and see if they will all be able to find a nice logical place to sit within your system. Tip #2.  When You Decide on Your System, Stick to It! There’s nothing more pointless than going to all the trouble of creating a system and filing all your files, and then whenever you create, receive or download a new file, you simply dump it onto your Desktop.  You need to be disciplined – forever!  Every new file you get, spend those extra few seconds to file it where it belongs!  Otherwise, in just a month or two, you’ll be worse off than before – half your files will be organized and half will be disorganized – and you won’t know which is which! Tip #3.  Choose the Root Folder of Your Structure Carefully Every data file (document, photo, music file, etc) that you create, own or is important to you, no matter where it came from, should be found within one single folder, and that one single folder should be located at the root of your C: drive (as a sub-folder of C:\).  In other words, do not base your folder structure in standard folders like “My Documents”.  If you do, then you’re leaving it up to the operating system engineers to decide what folder structure is best for you.  And every operating system has a different system!  In Windows 7 your files are found in C:\Users\YourName, whilst on Windows XP it was C:\Documents and Settings\YourName\My Documents.  In UNIX systems it’s often /home/YourName. These standard default folders tend to fill up with junk files and folders that are not at all important to you.  “My Documents” is the worst offender.  Every second piece of software you install, it seems, likes to create its own folder in the “My Documents” folder.  These folders usually don’t fit within your organizational structure, so don’t use them!  In fact, don’t even use the “My Documents” folder at all.  Allow it to fill up with junk, and then simply ignore it.  It sounds heretical, but: Don’t ever visit your “My Documents” folder!  Remove your icons/links to “My Documents” and replace them with links to the folders you created and you care about! Create your own file system from scratch!  Probably the best place to put it would be on your D: drive – if you have one.  This way, all your files live on one drive, while all the operating system and software component files live on the C: drive – simply and elegantly separated.  The benefits of that are profound.  Not only are there obvious organizational benefits (see tip #10, below), but when it comes to migrate your data to a new computer, you can (sometimes) simply unplug your D: drive and plug it in as the D: drive of your new computer (this implies that the D: drive is actually a separate physical disk, and not a partition on the same disk as C:).  You also get a slight speed improvement (again, only if your C: and D: drives are on separate physical disks). Warning:  From tip #12, below, you will see that it’s actually a good idea to have exactly the same file system structure – including the drive it’s filed on – on all of the computers you own.  So if you decide to use the D: drive as the storage system for your own files, make sure you are able to use the D: drive on all the computers you own.  If you can’t ensure that, then you can still use a clever geeky trick to store your files on the D: drive, but still access them all via the C: drive (see tip #17, below). If you only have one hard disk (C:), then create a dedicated folder that will contain all your files – something like C:\Files.  The name of the folder is not important, but make it a single, brief word. There are several reasons for this: When creating a backup regime, it’s easy to decide what files should be backed up – they’re all in the one folder! If you ever decide to trade in your computer for a new one, you know exactly which files to migrate You will always know where to begin a search for any file If you synchronize files with other computers, it makes your synchronization routines very simple.   It also causes all your shortcuts to continue to work on the other machines (more about this in tip #24, below). Once you’ve decided where your files should go, then put all your files in there – Everything!  Completely disregard the standard, default folders that are created for you by the operating system (“My Music”, “My Pictures”, etc).  In fact, you can actually relocate many of those folders into your own structure (more about that below, in tip #6). The more completely you get all your data files (documents, photos, music, etc) and all your configuration settings into that one folder, then the easier it will be to perform all of the above tasks. Once this has been done, and all your files live in one folder, all the other folders in C:\ can be thought of as “operating system” folders, and therefore of little day-to-day interest for us. Here’s a screenshot of a nicely organized C: drive, where all user files are located within the \Files folder:   Tip #4.  Use Sub-Folders This would be our simplest and most obvious tip.  It almost goes without saying.  Any organizational system you decide upon (see tip #1) will require that you create sub-folders for your files.  Get used to creating folders on a regular basis. Tip #5.  Don’t be Shy About Depth Create as many levels of sub-folders as you need.  Don’t be scared to do so.  Every time you notice an opportunity to group a set of related files into a sub-folder, do so.  Examples might include:  All the MP3s from one music CD, all the photos from one holiday, or all the documents from one client. It’s perfectly okay to put files into a folder called C:\Files\Me\From Others\Services\WestCo Bank\Statements\2009.  That’s only seven levels deep.  Ten levels is not uncommon.  Of course, it’s possible to take this too far.  If you notice yourself creating a sub-folder to hold only one file, then you’ve probably become a little over-zealous.  On the other hand, if you simply create a structure with only two levels (for example C:\Files\Work) then you really haven’t achieved any level of organization at all (unless you own only six files!).  Your “Work” folder will have become a dumping ground, just like your Desktop was, with most likely hundreds of files in it. Tip #6.  Move the Standard User Folders into Your Own Folder Structure Most operating systems, including Windows, create a set of standard folders for each of its users.  These folders then become the default location for files such as documents, music files, digital photos and downloaded Internet files.  In Windows 7, the full list is shown below: Some of these folders you may never use nor care about (for example, the Favorites folder, if you’re not using Internet Explorer as your browser).  Those ones you can leave where they are.  But you may be using some of the other folders to store files that are important to you.  Even if you’re not using them, Windows will still often treat them as the default storage location for many types of files.  When you go to save a standard file type, it can become annoying to be automatically prompted to save it in a folder that’s not part of your own file structure. But there’s a simple solution:  Move the folders you care about into your own folder structure!  If you do, then the next time you go to save a file of the corresponding type, Windows will prompt you to save it in the new, moved location. Moving the folders is easy.  Simply drag-and-drop them to the new location.  Here’s a screenshot of the default My Music folder being moved to my custom personal folder (Mark): Tip #7.  Name Files and Folders Intelligently This is another one that almost goes without saying, but we’ll say it anyway:  Do not allow files to be created that have meaningless names like Document1.doc, or folders called New Folder (2).  Take that extra 20 seconds and come up with a meaningful name for the file/folder – one that accurately divulges its contents without repeating the entire contents in the name. Tip #8.  Watch Out for Long Filenames Another way to tell if you have not yet created enough depth to your folder hierarchy is that your files often require really long names.  If you need to call a file Johnson Sales Figures March 2009.xls (which might happen to live in the same folder as Abercrombie Budget Report 2008.xls), then you might want to create some sub-folders so that the first file could be simply called March.xls, and living in the Clients\Johnson\Sales Figures\2009 folder. A well-placed file needs only a brief filename! Tip #9.  Use Shortcuts!  Everywhere! This is probably the single most useful and important tip we can offer.  A shortcut allows a file to be in two places at once. Why would you want that?  Well, the file and folder structure of every popular operating system on the market today is hierarchical.  This means that all objects (files and folders) always live within exactly one parent folder.  It’s a bit like a tree.  A tree has branches (folders) and leaves (files).  Each leaf, and each branch, is supported by exactly one parent branch, all the way back to the root of the tree (which, incidentally, is exactly why C:\ is called the “root folder” of the C: drive). That hard disks are structured this way may seem obvious and even necessary, but it’s only one way of organizing data.  There are others:  Relational databases, for example, organize structured data entirely differently.  The main limitation of hierarchical filing structures is that a file can only ever be in one branch of the tree – in only one folder – at a time.  Why is this a problem?  Well, there are two main reasons why this limitation is a problem for computer users: The “correct” place for a file, according to our organizational rationale, is very often a very inconvenient place for that file to be located.  Just because it’s correctly filed doesn’t mean it’s easy to get to.  Your file may be “correctly” buried six levels deep in your sub-folder structure, but you may need regular and speedy access to this file every day.  You could always move it to a more convenient location, but that would mean that you would need to re-file back to its “correct” location it every time you’d finished working on it.  Most unsatisfactory. A file may simply “belong” in two or more different locations within your file structure.  For example, say you’re an accountant and you have just completed the 2009 tax return for John Smith.  It might make sense to you to call this file 2009 Tax Return.doc and file it under Clients\John Smith.  But it may also be important to you to have the 2009 tax returns from all your clients together in the one place.  So you might also want to call the file John Smith.doc and file it under Tax Returns\2009.  The problem is, in a purely hierarchical filing system, you can’t put it in both places.  Grrrrr! Fortunately, Windows (and most other operating systems) offers a way for you to do exactly that:  It’s called a “shortcut” (also known as an “alias” on Macs and a “symbolic link” on UNIX systems).  Shortcuts allow a file to exist in one place, and an icon that represents the file to be created and put anywhere else you please.  In fact, you can create a dozen such icons and scatter them all over your hard disk.  Double-clicking on one of these icons/shortcuts opens up the original file, just as if you had double-clicked on the original file itself. Consider the following two icons: The one on the left is the actual Word document, while the one on the right is a shortcut that represents the Word document.  Double-clicking on either icon will open the same file.  There are two main visual differences between the icons: The shortcut will have a small arrow in the lower-left-hand corner (on Windows, anyway) The shortcut is allowed to have a name that does not include the file extension (the “.docx” part, in this case) You can delete the shortcut at any time without losing any actual data.  The original is still intact.  All you lose is the ability to get to that data from wherever the shortcut was. So why are shortcuts so great?  Because they allow us to easily overcome the main limitation of hierarchical file systems, and put a file in two (or more) places at the same time.  You will always have files that don’t play nice with your organizational rationale, and can’t be filed in only one place.  They demand to exist in two places.  Shortcuts allow this!  Furthermore, they allow you to collect your most often-opened files and folders together in one spot for convenient access.  The cool part is that the original files stay where they are, safe forever in their perfectly organized location. So your collection of most often-opened files can – and should – become a collection of shortcuts! If you’re still not convinced of the utility of shortcuts, consider the following well-known areas of a typical Windows computer: The Start Menu (and all the programs that live within it) The Quick Launch bar (or the Superbar in Windows 7) The “Favorite folders” area in the top-left corner of the Windows Explorer window (in Windows Vista or Windows 7) Your Internet Explorer Favorites or Firefox Bookmarks Each item in each of these areas is a shortcut!  Each of those areas exist for one purpose only:  For convenience – to provide you with a collection of the files and folders you access most often. It should be easy to see by now that shortcuts are designed for one single purpose:  To make accessing your files more convenient.  Each time you double-click on a shortcut, you are saved the hassle of locating the file (or folder, or program, or drive, or control panel icon) that it represents. Shortcuts allow us to invent a golden rule of file and folder organization: “Only ever have one copy of a file – never have two copies of the same file.  Use a shortcut instead” (this rule doesn’t apply to copies created for backup purposes, of course!) There are also lesser rules, like “don’t move a file into your work area – create a shortcut there instead”, and “any time you find yourself frustrated with how long it takes to locate a file, create a shortcut to it and place that shortcut in a convenient location.” So how to we create these massively useful shortcuts?  There are two main ways: “Copy” the original file or folder (click on it and type Ctrl-C, or right-click on it and select Copy):  Then right-click in an empty area of the destination folder (the place where you want the shortcut to go) and select Paste shortcut: Right-drag (drag with the right mouse button) the file from the source folder to the destination folder.  When you let go of the mouse button at the destination folder, a menu pops up: Select Create shortcuts here. Note that when shortcuts are created, they are often named something like Shortcut to Budget Detail.doc (windows XP) or Budget Detail – Shortcut.doc (Windows 7).   If you don’t like those extra words, you can easily rename the shortcuts after they’re created, or you can configure Windows to never insert the extra words in the first place (see our article on how to do this). And of course, you can create shortcuts to folders too, not just to files! Bottom line: Whenever you have a file that you’d like to access from somewhere else (whether it’s convenience you’re after, or because the file simply belongs in two places), create a shortcut to the original file in the new location. Tip #10.  Separate Application Files from Data Files Any digital organization guru will drum this rule into you.  Application files are the components of the software you’ve installed (e.g. Microsoft Word, Adobe Photoshop or Internet Explorer).  Data files are the files that you’ve created for yourself using that software (e.g. Word Documents, digital photos, emails or playlists). Software gets installed, uninstalled and upgraded all the time.  Hopefully you always have the original installation media (or downloaded set-up file) kept somewhere safe, and can thus reinstall your software at any time.  This means that the software component files are of little importance.  Whereas the files you have created with that software is, by definition, important.  It’s a good rule to always separate unimportant files from important files. So when your software prompts you to save a file you’ve just created, take a moment and check out where it’s suggesting that you save the file.  If it’s suggesting that you save the file into the same folder as the software itself, then definitely don’t follow that suggestion.  File it in your own folder!  In fact, see if you can find the program’s configuration option that determines where files are saved by default (if it has one), and change it. Tip #11.  Organize Files Based on Purpose, Not on File Type If you have, for example a folder called Work\Clients\Johnson, and within that folder you have two sub-folders, Word Documents and Spreadsheets (in other words, you’re separating “.doc” files from “.xls” files), then chances are that you’re not optimally organized.  It makes little sense to organize your files based on the program that created them.  Instead, create your sub-folders based on the purpose of the file.  For example, it would make more sense to create sub-folders called Correspondence and Financials.  It may well be that all the files in a given sub-folder are of the same file-type, but this should be more of a coincidence and less of a design feature of your organization system. Tip #12.  Maintain the Same Folder Structure on All Your Computers In other words, whatever organizational system you create, apply it to every computer that you can.  There are several benefits to this: There’s less to remember.  No matter where you are, you always know where to look for your files If you copy or synchronize files from one computer to another, then setting up the synchronization job becomes very simple Shortcuts can be copied or moved from one computer to another with ease (assuming the original files are also copied/moved).  There’s no need to find the target of the shortcut all over again on the second computer Ditto for linked files (e.g Word documents that link to data in a separate Excel file), playlists, and any files that reference the exact file locations of other files. This applies even to the drive that your files are stored on.  If your files are stored on C: on one computer, make sure they’re stored on C: on all your computers.  Otherwise all your shortcuts, playlists and linked files will stop working! Tip #13.  Create an “Inbox” Folder Create yourself a folder where you store all files that you’re currently working on, or that you haven’t gotten around to filing yet.  You can think of this folder as your “to-do” list.  You can call it “Inbox” (making it the same metaphor as your email system), or “Work”, or “To-Do”, or “Scratch”, or whatever name makes sense to you.  It doesn’t matter what you call it – just make sure you have one! Once you have finished working on a file, you then move it from the “Inbox” to its correct location within your organizational structure. You may want to use your Desktop as this “Inbox” folder.  Rightly or wrongly, most people do.  It’s not a bad place to put such files, but be careful:  If you do decide that your Desktop represents your “to-do” list, then make sure that no other files find their way there.  In other words, make sure that your “Inbox”, wherever it is, Desktop or otherwise, is kept free of junk – stray files that don’t belong there. So where should you put this folder, which, almost by definition, lives outside the structure of the rest of your filing system?  Well, first and foremost, it has to be somewhere handy.  This will be one of your most-visited folders, so convenience is key.  Putting it on the Desktop is a great option – especially if you don’t have any other folders on your Desktop:  the folder then becomes supremely easy to find in Windows Explorer: You would then create shortcuts to this folder in convenient spots all over your computer (“Favorite Links”, “Quick Launch”, etc). Tip #14.  Ensure You have Only One “Inbox” Folder Once you’ve created your “Inbox” folder, don’t use any other folder location as your “to-do list”.  Throw every incoming or created file into the Inbox folder as you create/receive it.  This keeps the rest of your computer pristine and free of randomly created or downloaded junk.  The last thing you want to be doing is checking multiple folders to see all your current tasks and projects.  Gather them all together into one folder. Here are some tips to help ensure you only have one Inbox: Set the default “save” location of all your programs to this folder. Set the default “download” location for your browser to this folder. If this folder is not your desktop (recommended) then also see if you can make a point of not putting “to-do” files on your desktop.  This keeps your desktop uncluttered and Zen-like: (the Inbox folder is in the bottom-right corner) Tip #15.  Be Vigilant about Clearing Your “Inbox” Folder This is one of the keys to staying organized.  If you let your “Inbox” overflow (i.e. allow there to be more than, say, 30 files or folders in there), then you’re probably going to start feeling like you’re overwhelmed:  You’re not keeping up with your to-do list.  Once your Inbox gets beyond a certain point (around 30 files, studies have shown), then you’ll simply start to avoid it.  You may continue to put files in there, but you’ll be scared to look at it, fearing the “out of control” feeling that all overworked, chaotic or just plain disorganized people regularly feel. So, here’s what you can do: Visit your Inbox/to-do folder regularly (at least five times per day). Scan the folder regularly for files that you have completed working on and are ready for filing.  File them immediately. Make it a source of pride to keep the number of files in this folder as small as possible.  If you value peace of mind, then make the emptiness of this folder one of your highest (computer) priorities If you know that a particular file has been in the folder for more than, say, six weeks, then admit that you’re not actually going to get around to processing it, and move it to its final resting place. Tip #16.  File Everything Immediately, and Use Shortcuts for Your Active Projects As soon as you create, receive or download a new file, store it away in its “correct” folder immediately.  Then, whenever you need to work on it (possibly straight away), create a shortcut to it in your “Inbox” (“to-do”) folder or your desktop.  That way, all your files are always in their “correct” locations, yet you still have immediate, convenient access to your current, active files.  When you finish working on a file, simply delete the shortcut. Ideally, your “Inbox” folder – and your Desktop – should contain no actual files or folders.  They should simply contain shortcuts. Tip #17.  Use Directory Symbolic Links (or Junctions) to Maintain One Unified Folder Structure Using this tip, we can get around a potential hiccup that we can run into when creating our organizational structure – the issue of having more than one drive on our computer (C:, D:, etc).  We might have files we need to store on the D: drive for space reasons, and yet want to base our organized folder structure on the C: drive (or vice-versa). Your chosen organizational structure may dictate that all your files must be accessed from the C: drive (for example, the root folder of all your files may be something like C:\Files).  And yet you may still have a D: drive and wish to take advantage of the hundreds of spare Gigabytes that it offers.  Did you know that it’s actually possible to store your files on the D: drive and yet access them as if they were on the C: drive?  And no, we’re not talking about shortcuts here (although the concept is very similar). By using the shell command mklink, you can essentially take a folder that lives on one drive and create an alias for it on a different drive (you can do lots more than that with mklink – for a full rundown on this programs capabilities, see our dedicated article).  These aliases are called directory symbolic links (and used to be known as junctions).  You can think of them as “virtual” folders.  They function exactly like regular folders, except they’re physically located somewhere else. For example, you may decide that your entire D: drive contains your complete organizational file structure, but that you need to reference all those files as if they were on the C: drive, under C:\Files.  If that was the case you could create C:\Files as a directory symbolic link – a link to D:, as follows: mklink /d c:\files d:\ Or it may be that the only files you wish to store on the D: drive are your movie collection.  You could locate all your movie files in the root of your D: drive, and then link it to C:\Files\Media\Movies, as follows: mklink /d c:\files\media\movies d:\ (Needless to say, you must run these commands from a command prompt – click the Start button, type cmd and press Enter) Tip #18. Customize Your Folder Icons This is not strictly speaking an organizational tip, but having unique icons for each folder does allow you to more quickly visually identify which folder is which, and thus saves you time when you’re finding files.  An example is below (from my folder that contains all files downloaded from the Internet): To learn how to change your folder icons, please refer to our dedicated article on the subject. Tip #19.  Tidy Your Start Menu The Windows Start Menu is usually one of the messiest parts of any Windows computer.  Every program you install seems to adopt a completely different approach to placing icons in this menu.  Some simply put a single program icon.  Others create a folder based on the name of the software.  And others create a folder based on the name of the software manufacturer.  It’s chaos, and can make it hard to find the software you want to run. Thankfully we can avoid this chaos with useful operating system features like Quick Launch, the Superbar or pinned start menu items. Even so, it would make a lot of sense to get into the guts of the Start Menu itself and give it a good once-over.  All you really need to decide is how you’re going to organize your applications.  A structure based on the purpose of the application is an obvious candidate.  Below is an example of one such structure: In this structure, Utilities means software whose job it is to keep the computer itself running smoothly (configuration tools, backup software, Zip programs, etc).  Applications refers to any productivity software that doesn’t fit under the headings Multimedia, Graphics, Internet, etc. In case you’re not aware, every icon in your Start Menu is a shortcut and can be manipulated like any other shortcut (copied, moved, deleted, etc). With the Windows Start Menu (all version of Windows), Microsoft has decided that there be two parallel folder structures to store your Start Menu shortcuts.  One for you (the logged-in user of the computer) and one for all users of the computer.  Having two parallel structures can often be redundant:  If you are the only user of the computer, then having two parallel structures is totally redundant.  Even if you have several users that regularly log into the computer, most of your installed software will need to be made available to all users, and should thus be moved out of the “just you” version of the Start Menu and into the “all users” area. To take control of your Start Menu, so you can start organizing it, you’ll need to know how to access the actual folders and shortcut files that make up the Start Menu (both versions of it).  To find these folders and files, click the Start button and then right-click on the All Programs text (Windows XP users should right-click on the Start button itself): The Open option refers to the “just you” version of the Start Menu, while the Open All Users option refers to the “all users” version.  Click on the one you want to organize. A Windows Explorer window then opens with your chosen version of the Start Menu selected.  From there it’s easy.  Double-click on the Programs folder and you’ll see all your folders and shortcuts.  Now you can delete/rename/move until it’s just the way you want it. Note:  When you’re reorganizing your Start Menu, you may want to have two Explorer windows open at the same time – one showing the “just you” version and one showing the “all users” version.  You can drag-and-drop between the windows. Tip #20.  Keep Your Start Menu Tidy Once you have a perfectly organized Start Menu, try to be a little vigilant about keeping it that way.  Every time you install a new piece of software, the icons that get created will almost certainly violate your organizational structure. So to keep your Start Menu pristine and organized, make sure you do the following whenever you install a new piece of software: Check whether the software was installed into the “just you” area of the Start Menu, or the “all users” area, and then move it to the correct area. Remove all the unnecessary icons (like the “Read me” icon, the “Help” icon (you can always open the help from within the software itself when it’s running), the “Uninstall” icon, the link(s)to the manufacturer’s website, etc) Rename the main icon(s) of the software to something brief that makes sense to you.  For example, you might like to rename Microsoft Office Word 2010 to simply Word Move the icon(s) into the correct folder based on your Start Menu organizational structure And don’t forget:  when you uninstall a piece of software, the software’s uninstall routine is no longer going to be able to remove the software’s icon from the Start Menu (because you moved and/or renamed it), so you’ll need to remove that icon manually. Tip #21.  Tidy C:\ The root of your C: drive (C:\) is a common dumping ground for files and folders – both by the users of your computer and by the software that you install on your computer.  It can become a mess. There’s almost no software these days that requires itself to be installed in C:\.  99% of the time it can and should be installed into C:\Program Files.  And as for your own files, well, it’s clear that they can (and almost always should) be stored somewhere else. In an ideal world, your C:\ folder should look like this (on Windows 7): Note that there are some system files and folders in C:\ that are usually and deliberately “hidden” (such as the Windows virtual memory file pagefile.sys, the boot loader file bootmgr, and the System Volume Information folder).  Hiding these files and folders is a good idea, as they need to stay where they are and are almost never needed to be opened or even seen by you, the user.  Hiding them prevents you from accidentally messing with them, and enhances your sense of order and well-being when you look at your C: drive folder. Tip #22.  Tidy Your Desktop The Desktop is probably the most abused part of a Windows computer (from an organization point of view).  It usually serves as a dumping ground for all incoming files, as well as holding icons to oft-used applications, plus some regularly opened files and folders.  It often ends up becoming an uncontrolled mess.  See if you can avoid this.  Here’s why… Application icons (Word, Internet Explorer, etc) are often found on the Desktop, but it’s unlikely that this is the optimum place for them.  The “Quick Launch” bar (or the Superbar in Windows 7) is always visible and so represents a perfect location to put your icons.  You’ll only be able to see the icons on your Desktop when all your programs are minimized.  It might be time to get your application icons off your desktop… You may have decided that the Inbox/To-do folder on your computer (see tip #13, above) should be your Desktop.  If so, then enough said.  Simply be vigilant about clearing it and preventing it from being polluted by junk files (see tip #15, above).  On the other hand, if your Desktop is not acting as your “Inbox” folder, then there’s no reason for it to have any data files or folders on it at all, except perhaps a couple of shortcuts to often-opened files and folders (either ongoing or current projects).  Everything else should be moved to your “Inbox” folder. In an ideal world, it might look like this: Tip #23.  Move Permanent Items on Your Desktop Away from the Top-Left Corner When files/folders are dragged onto your desktop in a Windows Explorer window, or when shortcuts are created on your Desktop from Internet Explorer, those icons are always placed in the top-left corner – or as close as they can get.  If you have other files, folders or shortcuts that you keep on the Desktop permanently, then it’s a good idea to separate these permanent icons from the transient ones, so that you can quickly identify which ones the transients are.  An easy way to do this is to move all your permanent icons to the right-hand side of your Desktop.  That should keep them separated from incoming items. Tip #24.  Synchronize If you have more than one computer, you’ll almost certainly want to share files between them.  If the computers are permanently attached to the same local network, then there’s no need to store multiple copies of any one file or folder – shortcuts will suffice.  However, if the computers are not always on the same network, then you will at some point need to copy files between them.  For files that need to permanently live on both computers, the ideal way to do this is to synchronize the files, as opposed to simply copying them. We only have room here to write a brief summary of synchronization, not a full article.  In short, there are several different types of synchronization: Where the contents of one folder are accessible anywhere, such as with Dropbox Where the contents of any number of folders are accessible anywhere, such as with Windows Live Mesh Where any files or folders from anywhere on your computer are synchronized with exactly one other computer, such as with the Windows “Briefcase”, Microsoft SyncToy, or (much more powerful, yet still free) SyncBack from 2BrightSparks.  This only works when both computers are on the same local network, at least temporarily. A great advantage of synchronization solutions is that once you’ve got it configured the way you want it, then the sync process happens automatically, every time.  Click a button (or schedule it to happen automatically) and all your files are automagically put where they’re supposed to be. If you maintain the same file and folder structure on both computers, then you can also sync files depend upon the correct location of other files, like shortcuts, playlists and office documents that link to other office documents, and the synchronized files still work on the other computer! Tip #25.  Hide Files You Never Need to See If you have your files well organized, you will often be able to tell if a file is out of place just by glancing at the contents of a folder (for example, it should be pretty obvious if you look in a folder that contains all the MP3s from one music CD and see a Word document in there).  This is a good thing – it allows you to determine if there are files out of place with a quick glance.  Yet sometimes there are files in a folder that seem out of place but actually need to be there, such as the “folder art” JPEGs in music folders, and various files in the root of the C: drive.  If such files never need to be opened by you, then a good idea is to simply hide them.  Then, the next time you glance at the folder, you won’t have to remember whether that file was supposed to be there or not, because you won’t see it at all! To hide a file, simply right-click on it and choose Properties: Then simply tick the Hidden tick-box:   Tip #26.  Keep Every Setup File These days most software is downloaded from the Internet.  Whenever you download a piece of software, keep it.  You’ll never know when you need to reinstall the software. Further, keep with it an Internet shortcut that links back to the website where you originally downloaded it, in case you ever need to check for updates. See tip #33 below for a full description of the excellence of organizing your setup files. Tip #27.  Try to Minimize the Number of Folders that Contain Both Files and Sub-folders Some of the folders in your organizational structure will contain only files.  Others will contain only sub-folders.  And you will also have some folders that contain both files and sub-folders.  You will notice slight improvements in how long it takes you to locate a file if you try to avoid this third type of folder.  It’s not always possible, of course – you’ll always have some of these folders, but see if you can avoid it. One way of doing this is to take all the leftover files that didn’t end up getting stored in a sub-folder and create a special “Miscellaneous” or “Other” folder for them. Tip #28.  Starting a Filename with an Underscore Brings it to the Top of a List Further to the previous tip, if you name that “Miscellaneous” or “Other” folder in such a way that its name begins with an underscore “_”, then it will appear at the top of the list of files/folders. The screenshot below is an example of this.  Each folder in the list contains a set of digital photos.  The folder at the top of the list, _Misc, contains random photos that didn’t deserve their own dedicated folder: Tip #29.  Clean Up those CD-ROMs and (shudder!) Floppy Disks Have you got a pile of CD-ROMs stacked on a shelf of your office?  Old photos, or files you archived off onto CD-ROM (or even worse, floppy disks!) because you didn’t have enough disk space at the time?  In the meantime have you upgraded your computer and now have 500 Gigabytes of space you don’t know what to do with?  If so, isn’t it time you tidied up that stack of disks and filed them into your gorgeous new folder structure? So what are you waiting for?  Bite the bullet, copy them all back onto your computer, file them in their appropriate folders, and then back the whole lot up onto a shiny new 1000Gig external hard drive! Useful Folders to Create This next section suggests some useful folders that you might want to create within your folder structure.  I’ve personally found them to be indispensable. The first three are all about convenience – handy folders to create and then put somewhere that you can always access instantly.  For each one, it’s not so important where the actual folder is located, but it’s very important where you put the shortcut(s) to the folder.  You might want to locate the shortcuts: On your Desktop In your “Quick Launch” area (or pinned to your Windows 7 Superbar) In your Windows Explorer “Favorite Links” area Tip #30.  Create an “Inbox” (“To-Do”) Folder This has already been mentioned in depth (see tip #13), but we wanted to reiterate its importance here.  This folder contains all the recently created, received or downloaded files that you have not yet had a chance to file away properly, and it also may contain files that you have yet to process.  In effect, it becomes a sort of “to-do list”.  It doesn’t have to be called “Inbox” – you can call it whatever you want. Tip #31.  Create a Folder where Your Current Projects are Collected Rather than going hunting for them all the time, or dumping them all on your desktop, create a special folder where you put links (or work folders) for each of the projects you’re currently working on. You can locate this folder in your “Inbox” folder, on your desktop, or anywhere at all – just so long as there’s a way of getting to it quickly, such as putting a link to it in Windows Explorer’s “Favorite Links” area: Tip #32.  Create a Folder for Files and Folders that You Regularly Open You will always have a few files that you open regularly, whether it be a spreadsheet of your current accounts, or a favorite playlist.  These are not necessarily “current projects”, rather they’re simply files that you always find yourself opening.  Typically such files would be located on your desktop (or even better, shortcuts to those files).  Why not collect all such shortcuts together and put them in their own special folder? As with the “Current Projects” folder (above), you would want to locate that folder somewhere convenient.  Below is an example of a folder called “Quick links”, with about seven files (shortcuts) in it, that is accessible through the Windows Quick Launch bar: See tip #37 below for a full explanation of the power of the Quick Launch bar. Tip #33.  Create a “Set-ups” Folder A typical computer has dozens of applications installed on it.  For each piece of software, there are often many different pieces of information you need to keep track of, including: The original installation setup file(s).  This can be anything from a simple 100Kb setup.exe file you downloaded from a website, all the way up to a 4Gig ISO file that you copied from a DVD-ROM that you purchased. The home page of the software manufacturer (in case you need to look up something on their support pages, their forum or their online help) The page containing the download link for your actual file (in case you need to re-download it, or download an upgraded version) The serial number Your proof-of-purchase documentation Any other template files, plug-ins, themes, etc that also need to get installed For each piece of software, it’s a great idea to gather all of these files together and put them in a single folder.  The folder can be the name of the software (plus possibly a very brief description of what it’s for – in case you can’t remember what the software does based in its name).  Then you would gather all of these folders together into one place, and call it something like “Software” or “Setups”. If you have enough of these folders (I have several hundred, being a geek, collected over 20 years), then you may want to further categorize them.  My own categorization structure is based on “platform” (operating system): The last seven folders each represents one platform/operating system, while _Operating Systems contains set-up files for installing the operating systems themselves.  _Hardware contains ROMs for hardware I own, such as routers. Within the Windows folder (above), you can see the beginnings of the vast library of software I’ve compiled over the years: An example of a typical application folder looks like this: Tip #34.  Have a “Settings” Folder We all know that our documents are important.  So are our photos and music files.  We save all of these files into folders, and then locate them afterwards and double-click on them to open them.  But there are many files that are important to us that can’t be saved into folders, and then searched for and double-clicked later on.  These files certainly contain important information that we need, but are often created internally by an application, and saved wherever that application feels is appropriate. A good example of this is the “PST” file that Outlook creates for us and uses to store all our emails, contacts, appointments and so forth.  Another example would be the collection of Bookmarks that Firefox stores on your behalf. And yet another example would be the customized settings and configuration files of our all our software.  Granted, most Windows programs store their configuration in the Registry, but there are still many programs that use configuration files to store their settings. Imagine if you lost all of the above files!  And yet, when people are backing up their computers, they typically only back up the files they know about – those that are stored in the “My Documents” folder, etc.  If they had a hard disk failure or their computer was lost or stolen, their backup files would not include some of the most vital files they owned.  Also, when migrating to a new computer, it’s vital to ensure that these files make the journey. It can be a very useful idea to create yourself a folder to store all your “settings” – files that are important to you but which you never actually search for by name and double-click on to open them.  Otherwise, next time you go to set up a new computer just the way you want it, you’ll need to spend hours recreating the configuration of your previous computer! So how to we get our important files into this folder?  Well, we have a few options: Some programs (such as Outlook and its PST files) allow you to place these files wherever you want.  If you delve into the program’s options, you will find a setting somewhere that controls the location of the important settings files (or “personal storage” – PST – when it comes to Outlook) Some programs do not allow you to change such locations in any easy way, but if you get into the Registry, you can sometimes find a registry key that refers to the location of the file(s).  Simply move the file into your Settings folder and adjust the registry key to refer to the new location. Some programs stubbornly refuse to allow their settings files to be placed anywhere other then where they stipulate.  When faced with programs like these, you have three choices:  (1) You can ignore those files, (2) You can copy the files into your Settings folder (let’s face it – settings don’t change very often), or (3) you can use synchronization software, such as the Windows Briefcase, to make synchronized copies of all your files in your Settings folder.  All you then have to do is to remember to run your sync software periodically (perhaps just before you run your backup software!). There are some other things you may decide to locate inside this new “Settings” folder: Exports of registry keys (from the many applications that store their configurations in the Registry).  This is useful for backup purposes or for migrating to a new computer Notes you’ve made about all the specific customizations you have made to a particular piece of software (so that you’ll know how to do it all again on your next computer) Shortcuts to webpages that detail how to tweak certain aspects of your operating system or applications so they are just the way you like them (such as how to remove the words “Shortcut to” from the beginning of newly created shortcuts).  In other words, you’d want to create shortcuts to half the pages on the How-To Geek website! Here’s an example of a “Settings” folder: Windows Features that Help with Organization This section details some of the features of Microsoft Windows that are a boon to anyone hoping to stay optimally organized. Tip #35.  Use the “Favorite Links” Area to Access Oft-Used Folders Once you’ve created your great new filing system, work out which folders you access most regularly, or which serve as great starting points for locating the rest of the files in your folder structure, and then put links to those folders in your “Favorite Links” area of the left-hand side of the Windows Explorer window (simply called “Favorites” in Windows 7):   Some ideas for folders you might want to add there include: Your “Inbox” folder (or whatever you’ve called it) – most important! The base of your filing structure (e.g. C:\Files) A folder containing shortcuts to often-accessed folders on other computers around the network (shown above as Network Folders) A folder containing shortcuts to your current projects (unless that folder is in your “Inbox” folder) Getting folders into this area is very simple – just locate the folder you’re interested in and drag it there! Tip #36.  Customize the Places Bar in the File/Open and File/Save Boxes Consider the screenshot below: The highlighted icons (collectively known as the “Places Bar”) can be customized to refer to any folder location you want, allowing instant access to any part of your organizational structure. Note:  These File/Open and File/Save boxes have been superseded by new versions that use the Windows Vista/Windows 7 “Favorite Links”, but the older versions (shown above) are still used by a surprisingly large number of applications. The easiest way to customize these icons is to use the Group Policy Editor, but not everyone has access to this program.  If you do, open it up and navigate to: User Configuration > Administrative Templates > Windows Components > Windows Explorer > Common Open File Dialog If you don’t have access to the Group Policy Editor, then you’ll need to get into the Registry.  Navigate to: HKEY_CURRENT_USER \ Software \ Microsoft  \ Windows \ CurrentVersion \ Policies \ comdlg32 \ Placesbar It should then be easy to make the desired changes.  Log off and log on again to allow the changes to take effect. Tip #37.  Use the Quick Launch Bar as a Application and File Launcher That Quick Launch bar (to the right of the Start button) is a lot more useful than people give it credit for.  Most people simply have half a dozen icons in it, and use it to start just those programs.  But it can actually be used to instantly access just about anything in your filing system: For complete instructions on how to set this up, visit our dedicated article on this topic. Tip #38.  Put a Shortcut to Windows Explorer into Your Quick Launch Bar This is only necessary in Windows Vista and Windows XP.  The Microsoft boffins finally got wise and added it to the Windows 7 Superbar by default. Windows Explorer – the program used for managing your files and folders – is one of the most useful programs in Windows.  Anyone who considers themselves serious about being organized needs instant access to this program at any time.  A great place to create a shortcut to this program is in the Windows XP and Windows Vista “Quick Launch” bar: To get it there, locate it in your Start Menu (usually under “Accessories”) and then right-drag it down into your Quick Launch bar (and create a copy). Tip #39.  Customize the Starting Folder for Your Windows 7 Explorer Superbar Icon If you’re on Windows 7, your Superbar will include a Windows Explorer icon.  Clicking on the icon will launch Windows Explorer (of course), and will start you off in your “Libraries” folder.  Libraries may be fine as a starting point, but if you have created yourself an “Inbox” folder, then it would probably make more sense to start off in this folder every time you launch Windows Explorer. To change this default/starting folder location, then first right-click the Explorer icon in the Superbar, and then right-click Properties:Then, in Target field of the Windows Explorer Properties box that appears, type %windir%\explorer.exe followed by the path of the folder you wish to start in.  For example: %windir%\explorer.exe C:\Files If that folder happened to be on the Desktop (and called, say, “Inbox”), then you would use the following cleverness: %windir%\explorer.exe shell:desktop\Inbox Then click OK and test it out. Tip #40.  Ummmmm…. No, that’s it.  I can’t think of another one.  That’s all of the tips I can come up with.  I only created this one because 40 is such a nice round number… Case Study – An Organized PC To finish off the article, I have included a few screenshots of my (main) computer (running Vista).  The aim here is twofold: To give you a sense of what it looks like when the above, sometimes abstract, tips are applied to a real-life computer, and To offer some ideas about folders and structure that you may want to steal to use on your own PC. Let’s start with the C: drive itself.  Very minimal.  All my files are contained within C:\Files.  I’ll confine the rest of the case study to this folder: That folder contains the following: Mark: My personal files VC: My business (Virtual Creations, Australia) Others contains files created by friends and family Data contains files from the rest of the world (can be thought of as “public” files, usually downloaded from the Net) Settings is described above in tip #34 The Data folder contains the following sub-folders: Audio:  Radio plays, audio books, podcasts, etc Development:  Programmer and developer resources, sample source code, etc (see below) Humour:  Jokes, funnies (those emails that we all receive) Movies:  Downloaded and ripped movies (all legal, of course!), their scripts, DVD covers, etc. Music:  (see below) Setups:  Installation files for software (explained in full in tip #33) System:  (see below) TV:  Downloaded TV shows Writings:  Books, instruction manuals, etc (see below) The Music folder contains the following sub-folders: Album covers:  JPEG scans Guitar tabs:  Text files of guitar sheet music Lists:  e.g. “Top 1000 songs of all time” Lyrics:  Text files MIDI:  Electronic music files MP3 (representing 99% of the Music folder):  MP3s, either ripped from CDs or downloaded, sorted by artist/album name Music Video:  Video clips Sheet Music:  usually PDFs The Data\Writings folder contains the following sub-folders: (all pretty self-explanatory) The Data\Development folder contains the following sub-folders: Again, all pretty self-explanatory (if you’re a geek) The Data\System folder contains the following sub-folders: These are usually themes, plug-ins and other downloadable program-specific resources. The Mark folder contains the following sub-folders: From Others:  Usually letters that other people (friends, family, etc) have written to me For Others:  Letters and other things I have created for other people Green Book:  None of your business Playlists:  M3U files that I have compiled of my favorite songs (plus one M3U playlist file for every album I own) Writing:  Fiction, philosophy and other musings of mine Mark Docs:  Shortcut to C:\Users\Mark Settings:  Shortcut to C:\Files\Settings\Mark The Others folder contains the following sub-folders: The VC (Virtual Creations, my business – I develop websites) folder contains the following sub-folders: And again, all of those are pretty self-explanatory.   • Scan a Windows PC for Viruses from a Ubuntu Live CD

    Getting a virus is bad. Getting a virus that causes your computer to crash when you reboot is even worse. We’ll show you how to clean viruses from your computer even if you can’t boot into Windows by using a virus scanner in a Ubuntu Live CD. There are a number of virus scanners available for Ubuntu, but we’ve found that avast! is the best choice, with great detection rates and usability. Unfortunately, avast! does not have a proper 64-bit version, and forcing the install does not work properly. If you want to use avast! to scan for viruses, then ensure that you have a 32-bit Ubuntu Live CD. If you currently have a 64-bit Ubuntu Live CD on a bootable flash drive, it does not take long to wipe your flash drive and go through our guide again and select normal (32-bit) Ubuntu 9.10 instead of the x64 edition. For the purposes of fixing your Windows installation, the 64-bit Live CD will not provide any benefits. Once Ubuntu 9.10 boots up, open up Firefox by clicking on its icon in the top panel. Navigate to http://www.avast.com/linux-home-edition. Click on the Download tab, and then click on the link to download the DEB package. Save it to the default location. While avast! is downloading, click on the link to the registration form on the download page. Fill in the registration form if you do not already have a trial license for avast!. By the time you’ve filled out the registration form, avast! will hopefully be finished downloading. Open a terminal window by clicking on Applications in the top-left corner of the screen, then expanding the Accessories menu and clicking on Terminal. In the terminal window, type in the following commands, pressing enter after each line. cd Downloadssudo dpkg –i avast* This will install avast! on the live Ubuntu environment. To ensure that you can use the latest virus database, while still in the terminal window, type in the following command: sudo sysctl –w kernel.shmmax=128000000 Now we’re ready to open avast!. Click on Applications on the top-left corner of the screen, expand the Accessories folder, and click on the new avast! Antivirus item. You will first be greeted with a window that asks for your license key. Hopefully you’ve received it in your email by now; open the email that avast! sends you, copy the license key, and paste it in the Registration window. avast! Antivirus will open. You’ll notice that the virus database is outdated. Click on the Update database button and avast! will start downloading the latest virus database. To scan your Windows hard drive, you will need to “mount” it. While the virus database is downloading, click on Places on the top-left of your screen, and click on your Windows hard drive, if you can tell which one it is by its size. If you can’t tell which is the correct hard drive, then click on Computer and check out each hard drive until you find the right one. When you find it, make a note of the drive’s label, which appears in the menu bar of the file browser. Also note that your hard drive will now appear on your desktop. By now, your virus database should be updated. At the time this article was written, the most recent version was 100404-0. In the main avast! window, click on the radio button next to Selected folders and then click on the “+” button to the right of the list box. It will open up a dialog box to browse to a location. To find your Windows hard drive, click on the “>” next to the computer icon. In the expanded list, find the folder labelled “media” and click on the “>” next to it to expand it. In this list, you should be able to find the label that corresponds to your Windows hard drive. If you want to scan a certain folder, then you can go further into this hierarchy and select that folder. However, we will scan the entire hard drive, so we’ll just press OK. Click on Start scan and avast! will start scanning your hard drive. If a virus is found, you’ll be prompted to select an action. If you know that the file is a virus, then you can Delete it, but there is the possibility of false positives, so you can also choose Move to chest to quarantine it. When avast! is done scanning, it will summarize what it found on your hard drive. You can take different actions on those files at this time by right-clicking on them and selecting the appropriate action. When you’re done, click Close. Your Windows PC is now free of viruses, in the eyes of avast!. Reboot your computer and with any luck it will now boot up! Alternatives to avast! If avast! and a liberal amount of Googling doesn’t fix your problem, it’s possible that a different virus scanner will fix your obscure issue. Here are a list of other virus scanners available for Ubuntu that are either free or offer free trials. See their support forums for help on installing these virus scanners.   • How To Configure Remote Desktop To Hyper-V Guest Virtual Machines

    Configuring Remote Desktop (RDP) from a host Hyper-V machine to a guest virtual machine can be tricky, so this post is dedicated to the issues and resolution steps I went through to allow RDP.  Cutting to the point, below are the things to look for followed by some explanation about my scenario if you care to read.  This is not an exhaustive list of what is required, just the items that were causing problems for my particular scenario. Requirements Allow Remote Desktop Connections in guest OS. The network adapter type must allow communication with host machine (e.g. use an “Internal” virtual adapter.) If running Server 2008 R2 on guest, network discovery mode must be turned on. If running Server 2008 R2 on guest, the services supporting network discovery mode must be running: - DNS Client - Function Discovery Resource Publication - SSDP Discovery - UPnP Device Host My Environment     A quick word about my environment.  I am running Windows Server 2008 R2 with Hyper V on my laptop and numerous guest VMs running Windows Server 2003 R2 or Windows Server 2008 R2.  I run a domain controller VM and then 1 or 2 SharePoint servers depending on my work needs.  I’ve found this setup to work well except when it comes to the display window for my VMs. The Issue     Ever since I began running Hyper-V I haven’t been able to RDP to my guest VMs which means the resolution for my connection windows ha been limited to what the native Hyper-V connections allow.  During personal use I can put the resolution up to 1152 x 864, but during presentations I am usually limited to a measly 800 x 600.  That is until today when I decided to fully investigate why I couldn’t connect via RDP.     First a thank you to John Ross (@johnrossjr), Christina Wheeler (@cwheeler76) and Clayton Cobb (@warrtalon) for various suggestions while I was researching tonight.  As it turns out I had not 1, not 2, but 3 items preventing me from using RDP.  Let’s dig into the requirements above. Allow RDP Connection     This item I had previously taken care of, but it bears repeating because by default Windows Server 2008 R2 does not allow RDP connections.  Change the setting from “Don’t allow…” to whichever “Allow connections…” setting suits your needs.  I chose the less secure option as this is just my dev laptop. Network Adapter Type     When I originally configured my VMs I configured each to use 2 network adapters: one using the physical ethernet adapter for internet use and a virtual private adapter for communication between the VMs.  The connection for the ethernet adapter is an "”External” adapter and thus doesn’t connect between the host and guest.  The virtual private adapter allowed communication ONLY between the VMs and not to my host.  There is a third option “Internal” which allows communication between VMs as well as to the host.  After finding out this distinction I promptly created an Internal network adapter and assigned that to my VMs. Turn On Network Discovery     Seems like a pretty common sense thing, but in order to allow remote desktop connections the target computer must able to be found by the source computer (explained here.)  One of the settings that controls if a computer can be found on the network is aptly named Network Discovery.  By default Windows Server 2008 R2 turns Network Discovery off for security purposes.  To enable it open up the Network and Sharing Center.  Click “Change Advanced Sharing Settings” on the left.  On the following screen select “Turn on network discovery” for the currently used profile and click Save Settings.  You may notice though that your selection to turn on network discovery doesn’t save.  If this is the case then you most likely don’t have the supporting services running (as was my case.) Network Discovery Supporting Services     There are a total of 4 services (listed again below) that need to be running before you can turn on network discovery (explained here.)  The below images highlight these services.  In my guest VM I found that I had DNS Client already running while the other 3 were disabled.  I set them all to enabled and started the ones that were stopped.  After this change I returned to the Sharing settings screen and found that Network Discovery was turned on.  I’m not sure whether this was picking up my attempt to turn it on previously or if starting those services turned it on.  Either way the end result was a success. - DNS Client - Function Discovery Resource Publication - SSDP Discovery - UPnP Device Host Before and After Results     The first image is the smaller square shaped viewing window used by the Hyper-V native connection.  The second is the full-screen RDP connection in all its widescreen glory. Add Drobox to Your Start Menu Dear How-To Geek, I use Dropbox all the time and would like to add it right onto my start menu along side the other major shortcuts like Documents, Pictures, etc. It seems like adding Dropbox into the menu should be part of the Dropbox installation package! Understanding and Using Symbolic Links Dear How-To Geek, I was talking to a coworker the other day about an issue I’d been having with a media center application I’m running. Rip Your TV DVDs into Handy Episode Files Dear How-To Geek, My wife got me an iPod for Christmas and I still haven’t got around to filling it up. I have tons of entire TV show seasons on DVD and would like to get them on the iPod but I have absolutely no idea where to start. How do I get the shows off the discs? I thought it would be as easy to import the TV shows into iTunes as it is to import tracks off a CD but I was totally wrong. I tried downloading some applications to rip them but those didn’t work at all. Very frustrating! Surely there is an easy and/or automated way to do this, right? Sincerely, Free My DVDs Dear DVDs, Oh man is this a frustration we can relate to. It’s inordinately difficult to get movies and TV shows off physical media and into digital (and portable media player-friendly) formats. There are a multitude of ways to rip DVDs and quite a few applications out there (some good, some mediocre, and some outright malware). We’d recommend a two-part punch to solve your ripping woes. You’ll need a copy of DVDFab to strip away the protections on the discs and rip the disc and Handbrake to load the disc image and convert the files. It’s not quite as smooth as the CD-to-iTunes workflow but it’s still pretty easy. Check out all the steps and settings you’ll want to toggle here.   • UCM 11g is 4 days old!

    Ok...so I missed posting a blog entry when UCM 11g and the entire ECM suite released on Tuesday. Hopefully you've already seen the announcements on any number of the Oracle ECM blogs out there such as ECM Alerts, Fusion ECM, bex huff, or C4. So I won't bore you with the same talking points like 179 million check-ins per day or 124 web site page hits per second. Instead, I thought I'd show some screenshots of the new features in UCM and URM 11g. WebLogic Server and Enterprise Manager So probably the biggest change in 11g is UCM and URM now run on top of the WebLogic Server application server. This is a huge step as ECM is now on a standard platform with the rest of Oracle Fusion Middleware which makes installation, configuration, and integration consistent among all the products. From a feature perspective, it's also beneficial because it's now integrated with Oracle Enterprise Manager. Enterprise Manager provides a lot of provisioning control over servers as well as performance monitoring and access to logs and debugging information. Desktop Integration Suite Desktop Integration Suite got a complete overhaul for 11g. It exposes a lot more features within Windows Explorer such as saved searches, workflow queue, and checked-out items. It also now support metadata pop-up screens to let users fill in additional metadata when they drag-n-drop files in! And the integration within Office applications has changed significantly by introducing a dedicated UCM menu to do open, save, compare, etc. Site Studio for External Applications In UCM Site Studio 10gR4, a major architectural shift was introduced which brought several new objects such as elements, region definitions, region templates, and placeholder definitions. This truly separated the content from the display and from the definition. It also allowed separation of the content from needing to be rendered on a complete Site Studio page. Well, the new Site Studio for External Applications takes advantage of that architecture and introduces pre-built tags and plug-ins to JDeveloper to allow to go from simply adding a content area to your web application page to building an entire web site, just like you would have done in Site Studio Designer. In addition to these changes, enhancements to the core Site Studio have been added as well. One of the big ones is called Designer Mode which allows power-users to bypass the standard rules defined by the placeholder definition or template and perform any number of additional actions. This reduces the need to go back to Site Studio Designer or JDeveloper to make more advanced changes to the site. Dashboards As part of the updated records management functionality in both UCM and URM, users can now set a dashboard view on their home page to surface common functions in a single view. It has pre-built "portlets" users can choose from to display and organize they way they want. Behind the scenes, these dashboards are stored as Content Folios. So the dashboards themselves are content items that can be revisioned and shared between users. And new dashboard portlets can be easily added (like the User Profile one in the screenshots) by getting a copy of an existing one, modifying the display, and then checking it in as a new one to select from. URM Interface Enhancements URM includes several new UI and usability enhancements in 11g. There is a new view for physical records, a place to configure "favorite" items to quickly get to, and new placement of the records management menu. BI Publisher Reports Records management in UCM and URM now offer reports generated through embedded BI Publisher. Templates are controlled by rich text files checked directly into the repository, so they can be easily modified. Other Features A new Inbound Refinery conversion option is available that does native Microsoft Office HTML conversion. If your IBR is on Windows and you have the native applications loaded, the IBR can use them to produce HTML. A new GUI template editor for Dynamic Converter is available. It's written in Java so is available through all the supported browsers and platforms. The original ActiveX based editor is also still available. The Component Manager interface has changed to help provide an easier and more descriptive way to enable core components that are installed along with UCM. All of the supported components are immediately available to turn on and do not have to be installed separately as in previous versions. My Downloads is located in the My Content Server menu and provides for easy download of client installs including Desktop Integration Suite and Site Studio Designer. Well, hopefully that gives you a taste for some of the new things in 11g. We're all pretty excited here at Oracle about all the new changes and enhancements.     Learning new technologies can be daunting. If you’ve never used a Mac before, you’ll probably be a bit baffled at first. But, you’re probably at least coming from a desktop computing background (Windows), so you common frame of reference. But what if you’re just now learning to use a relational database? Yes, you’ve played with Access a bit, but now your employer or college instructor has charged you with becoming proficient with Oracle database. Here’s 10 reasons why I think Oracle SQL Developer is the perfect vehicle to help get you started. 1. It’s free No need to break into one of these… No start-up costs, no need to wrangle budget dollars from your company. Students don’t have any money after books and lab fees anyway. And most employees don’t like having to ask for ‘special’ software anyway. So avoid all of that and make sure the free stuff doesn’t suit your needs first. Upgrades are available on a regular base, also at no cost, and support is freely available via our public forums. 2. It will run pretty much anywhere Windows – check. OSX (Apple) – check. Unix – check. Linux – check. No need to start up a windows VM to run your Windows-only software in your lab machine. 3. Anyone can install it There’s no installer, no registry to be updated, no admin privs to be obtained. If you can download and extract files to your machine or USB storage device, you can run it. You can be up and running with SQL Developer in under 5 minutes. Here’s a video tutorial to see how to get started. 4. It’s ubiquitous I admit it, I learned a new word yesterday and I wanted an excuse to use it. SQL Developer’s everywhere. It’s had over 2,500,000 downloads in the past year, and is the one of the most downloaded items from OTN. This means if you need help, there’s someone sitting nearby you that can assist, and since they’re in the same tool as you, they’ll be speaking the same language. 5. Simple User Interface Up-up-down-down-Left-right-left-right-A-B-A-B-START will get you 30 lives, but you already knew that, right? You connect, you see your objects, you click on your objects. Or, you can use the worksheet to write your queries and programs in. There’s only one toolbar, and just a few buttons. If you’re like me, video games became less fun when each button had 6 action items mapped to it. I just want the good ole ‘A’, ‘B’, ‘SELECT’, and ‘START’ controls. If you’re new to Oracle, you shouldn’t have the double-workload of learning a new complicated tool as well. 6. It’s not a ‘black box’ Click through your objects, but also get the SQL that drives the GUI As you use the wizards to accomplish tasks for you, you can view the SQL statement being generated on your behalf. Just because you have a GUI, doesn’t mean you’re ceding your responsibility to learn the underlying code that makes the database work. 7. It’s four tools in one It’s not just a query tool. Maybe you need to design a data model first? Or maybe you need to migrate your Sybase ASE database to Oracle for a new project? Or maybe you need to create some reports? SQL Developer does all of that. So once you get comfortable with one part of the tool, the others will be much easier to pick up as your needs change. 8. Great learning resources available Videos, blogs, hands-on learning labs – you name it, we got it. Why wait for someone to train you, when you can train yourself at your own pace? 9. You can use it to teach yourself SQL Instead of being faced with the white-screen-of-panic, you can visually build your queries by dragging and dropping tables and views into the Query Builder. Yes, ‘just like Access’ – only better. And as you build your query, toggle to the Worksheet panel and see the SQL statement. Again, SQL Developer is not a black box. If you prefer to learn by trial and error, the worksheet will attempt to suggest the next bit of your SQL statement with it’s completion insight feature. And if you have syntax errors, those will be highlighted – just like your misspelled words in your favorite word processor. 10. It scales to match your experience level You won’t be a n00b forever. In 6-8 months, when you’re ready to tackle something a bit more complicated, like XML DB or Oracle Spatial, the tool is already there waiting on you. No need to go out and find the ‘advanced’ tool. 11. Wait, you said this was a ‘Top 10′ list? Yes. Yes, I did. I’m using this ‘trick’ to get you to continue reading because I’m going to say something you might not want to hear. Are you ready? Tools won’t replace experience, failure, hard work, and training. Just because you have the keys to the car, doesn’t mean you’re ready to head out on the race track. While SQL Developer reduces the barriers to entry, it does not completely remove them. Many experienced folks simply do not like tools. Rather, they don’t like the people that pick up tools without the know-how to properly use them. If you don’t understand what ‘TRUNCATE’ means, don’t try it out. Try picking up a book first. Of course, it’s very nice to have your own sandbox to play in, so you don’t upset the other children.   • If You Could Cut Your Meeting Times in ½ Would You?

                    I know it sounds like a big promise. And what I'm thinking about may not cut a :60 minute meeting into :30 minutes, but it could make meetings and interactions up to 2X more productive. How? Social Media for the Enterprise, Not Social Media In the Enterprise Bear with me. I'm not talking about whether or not workers should or shouldn't have access to Facebook on corporate networks. That topic has been discussed @ length. I'm also not talking about the direct benefits of Social Networking tools like Presence (the ability to see someone online and ask a question in real-time), blogs, RSS feeds or external tools like Twitter. The Un-Measurable Benefits Would you do something that you believe will have a positive effect--but can't be measured? It's impossible to quantify the effectiveness of a meeting. However, what I am talking about would be more of a byproduct of all of the social networking tools above. Here's the hypothesis: As I've gotten more and more busy with work, family, travel and kids--and the same has happened to my friends and family--I'm less and less connected. But by introducing Facebook to my life I've not only made connections with longtime friends whom I haven't spoken to in years--but I've increased the pace and quality of interactions, on and offline, with close friends who I see and speak to every week. In some cases it even enhances the connections and interactions with those I see or speak to every day. The same holds true in an organization. Especially a larger one with highly matrixed organizational structures. You work with people on a project, new people come in with each different project and a disproportionate amount of time is spent getting oriented and staying current. Going back to the initial value proposition--making meetings shorter/more effective--a large amount of time is spent: -          At Project Kick-off: Meeting and understanding team member's histories, goals & roles -          Ongoing: Summarizing events since the last meeting or update email In my personal, Facebook life today I know that: -          My best friend from college - has been stranded in India for 5 days because of the volcano in Iceland and is now only 250 miles from home -          One of my co-workers started conference calls at 6:30 this morning -          My wife wasn't terribly pleased with my painting skills in our new bathroom (disclosure: she told me this face to face too) Strengthening Weak Links A recent article in CIO Magazine, Three Dangerous Social Media Misconceptions (Kristen Burnham, March 12, 2010) calls out the #1 misconception as follows: 1. "Face-to-face relationships are far more valuable than virtual ones." While some level of physical interaction will always add value to relationships, Gartner says that come 2020, most relationships and teams will be based on "weak links"--that is, you may not have personally met a contact, but you'll know of or may have interacted with him via social sites like Facebook, LinkedIn and Twitter. The sooner your enterprise adopts these tools, the sooner your employees will learn them, and the sooner you'll begin to cultivate these relationships-of-the-future.   I personally believe that it's not an either/or choice between face-to-face and virtual interactions. In fact, I'll be as bold as saying it doesn't matter. I can point to two extremely valuable work relationships that I've had over the past 5 years: -          I shared an office with one of them -          I met the other person, face-to-face, only once Both relationships were very productive. The dynamics were similar. The communication tactics differed immensely. What does matter is the quality, frequency and relevance of interactions. Still sound like too much? An over-promise?   • Test Drive Windows 7 Online with Virtual Labs

    Did you miss out on the Windows 7 public beta and want to try it out before you actually make the leap and upgrade? Maybe you want to learn how to deploy new features in a business environment. Here’s how you can test drive Windows 7 directly from your browser. Whether you manage 10,000 desktops or simply manage your own laptop, it’s usually best to test out a new OS before installing it.  If you’re upgrading from Windows XP you may find many things unfamiliar.  Microsoft has setup a special Windows 7 Test Drive website with resources to help IT professionals test and deploy Windows 7 in their workplaces.  This is a great resource to try out Windows 7 from the comfort of your browser, and look at some of the new features without even installing it. Please note that the online version is not nearly as responsive as a full standard install of Windows 7.  It also does not run the full Aero interface or desktop effects, and may refresh slowly depending on your Internet connection.  So don’t judge Windows 7’s performance based on this virtual lab, but use it as a way to learn more about Windows 7 without installing it. Getting Started To test drive Windows 7, visit Microsoft’s Windows 7 Test Drive website (link below).  You will need to run the Windows 7 Test Drive in Internet Explorer, as it requires Active X support.  We received this error when attempting to run the Test Drive in Firefox: Now, click the “Take a Test Drive” link on the bottom left of the page. This site includes several test drives to demonstrate different features of Windows 7 and its related ecosystem of products including Windows Server 2008 R2, some of which, including the XP Mode test drive, are not yet ready.  For this test, we selected the MED-V Test drive, as this includes Office 2007 and 2010 so you can test them in Windows 7 as well.  Simply select the test drive you want, and click “Try it now!”   If you haven’t run a Windows test drive before, you will be asked to install an ActiveX control.  Click the link to install. Click the yellow bar at the top of the page in Internet Explorer, and select to Install the add-on.  You may have to approve a UAC prompt to finish the install. Once this is finished, click the link on the bottom of the page to return to your test drive.  The test drive page should automatically refresh; if it doesn’t, click refresh to reload it. Now the test drive will load the components.   Once its fully loaded, click the link to launch Windows 7 in a new window. You may see a prompt warning that the server may have been impersonated.  Simply click Yes to proceed. The test lab will give you some getting started directions; click Close Window when you’re ready to try out Windows 7. Here’s the default desktop in the Windows 7 test drive.  You can use it just like a normal Windows computer, but do note that it may function slowly depending on your internet connection.   This test drive includes both Office 2007 and Office 2010 Tech Preview, so you can try out both in Windows 7 as well. You can try out the new Windows 7 applications such as the reworked Paint with the Ribbon interface from Office. Or you can even test the newest version of Media Center, though it will warn you that it may not function good with the down-scaled graphics in the test drive.   Most importantly, you can try out the new features in Windows 7, such as Jumplists and even Aero Snap.  Once again, these features will not function the quickest, but it does let you test them out. While working with the Virtual Lab, there are different tasks it walks you through. You can also download a copy of the lab manual in PDF format to help you navigate through the various objectives. The test drive system is running Microsoft Forefront Security, the enterprise security solution from which Microsoft Security Essentials has adapted components from. Conclusion These virtual labs are great for tech students, or those of you who want to get a first-hand trial of the new features. Also, if you’re not sure on how to deploy something and want to practice in a virtual environment, these labs are quite valuable.While these labs are geared toward IT professionals, it’s a good way for anyone to try out Windows 7 features from the comfort of your current computer.   • 8 Backup Tools Explained for Windows 7 and 8

    Backups on Windows can be confusing. Whether you’re using Windows 7 or 8, you have quite a few integrated backup tools to think about. Windows 8 made quite a few changes, too. You can also use third-party backup software, whether you want to back up to an external drive or back up your files to online storage. We won’t cover third-party tools here — just the ones built into Windows. Backup and Restore on Windows 7 Windows 7 has its own Backup and Restore feature that lets you create backups manually or on a schedule. You’ll find it under Backup and Restore in the Control Panel. The original version of Windows 8 still contained this tool, and named it Windows 7 File Recovery. This allowed former Windows 7 users to restore files from those old Windows 7 backups or keep using the familiar backup tool for a little while. Windows 7 File Recovery was removed in Windows 8.1. System Restore System Restore on both Windows 7 and 8 functions as a sort of automatic system backup feature. It creates backup copies of important system and program files on a schedule or when you perform certain tasks, such as installing a hardware driver. If system files become corrupted or your computer’s software becomes unstable, you can use System Restore to restore your system and program files from a System Restore point. This isn’t a way to back up your personal files. It’s more of a troubleshooting feature that uses backups to restore your system to its previous working state. Previous Versions on Windows 7 Windows 7′s Previous Versions feature allows you to restore older versions of files — or deleted files. These files can come from backups created with Windows 7′s Backup and Restore feature, but they can also come from System Restore points. When Windows 7 creates a System Restore point, it will sometimes contain your personal files. Previous Versions allows you to extract these personal files from restore points. This only applies to Windows 7. On Windows 8, System Restore won’t create backup copies of your personal files. The Previous Versions feature was removed on Windows 8. File History Windows 8 replaced Windows 7′s backup tools with File History, although this feature isn’t enabled by default. File History is designed to be a simple, easy way to create backups of your data files on an external drive or network location. File History replaces both Windows 7′s Backup and Previous Versions features. Windows System Restore won’t create copies of personal files on Windows 8. This means you can’t actually recover older versions of files until you enable File History yourself — it isn’t enabled by default. System Image Backups Windows also allows you to create system image backups. These are backup images of your entire operating system, including your system files, installed programs, and personal files. This feature was included in both Windows 7 and Windows 8, but it was hidden in the preview versions of Windows 8.1. After many user complaints, it was restored and is still available in the final version of Windows 8.1 — click System Image Backup on the File History Control Panel. Storage Space Mirroring Windows 8′s Storage Spaces feature allows you to set up RAID-like features in software. For example, you can use Storage Space to set up two hard disks of the same size in a mirroring configuration. They’ll appear as a single drive in Windows. When you write to this virtual drive, the files will be saved to both physical drives. If one drive fails, your files will still be available on the other drive. This isn’t a good long-term backup solution, but it is a way of ensuring you won’t lose important files if a single drive fails. Microsoft Account Settings Backup Windows 8 and 8.1 allow you to back up a variety of system settings — including personalization, desktop, and input settings. If you’re signing in with a Microsoft account, OneDrive settings backup is enabled automatically. This feature can be controlled under OneDrive > Sync settings in the PC settings app. This feature only backs up a few settings. It’s really more of a way to sync settings between devices. OneDrive Cloud Storage Microsoft hasn’t been talking much about File History since Windows 8 was released. That’s because they want people to use OneDrive instead. OneDrive — formerly known as SkyDrive — was added to the Windows desktop in Windows 8.1. Save your files here and they’ll be stored online tied to your Microsoft account. You can then sign in on any other computer, smartphone, tablet, or even via the web and access your files. Microsoft wants typical PC users “backing up” their files with OneDrive so they’ll be available on any device. You don’t have to worry about all these features. Just choose a backup strategy to ensure your files are safe if your computer’s hard disk fails you. Whether it’s an integrated backup tool or a third-party backup application, be sure to back up your files.

  • Thursday Community Keynote: "By the Community, For the Community"

    Sharat Chander, JavaOne Community Chairperson, began Thursday's Community Keynote. As part of the morning’s theme of "By the Community, For the Community," Chander noted that 60% of the material at the 2012 JavaOne conference was presented by Java Community members. "So next year, when the call for papers starts, put-in your submissions," he urged.From there, Gary Frost, Principal Member of Technical Staff, AMD, expanded upon Sunday's Strategy Keynote exploration of Project Sumatra, an OpenJDK project targeted at bringing Java to heterogeneous computing platforms (which combine the CPU and the parallel processor of the GPU into a single piece of silicon). Sumatra entails enhancing the JVM to make maximum use of these advanced platforms. Within this development space, AMD created the Aparapi API, which converts Java bytecode into OpenCL for execution on such GPU devices. The Aparapi API was open sourced in September 2011.Whether it was zooming-in on a Mandelbrot set, "the game of life," or a swarm of 10,000 Dukes in a space-bound gravitational dance, Frost's demos, using an Aparapi/OpenCL implementation, produced stunningly faster display results. He indicated that the Java 9 timeframe is where they see Project Sumatra coming to ultimate fruition, employing the Lamdas of Java 8.Returning to the theme of the keynote, Donald Smith, Director, Java Product Management, Oracle, explored a mind map graphic demonstrating the importance of Community in terms of fostering innovation. "It's the sharing and mixing of culture, the diversity, and the rapid prototyping," he said. Within this topic, Smith, brought up a panel of representatives from Cloudera, Eclipse, Eucalyptus, Perrone Robotics, and Twitter--ideal manifestations of community and innovation in the world of Java.Marten Mickos, CEO, Eucalyptus Systems, explored his company's open source cloud software platform, written in Java, and used by gaming companies, technology companies, media companies, and more. Chris Aniszczyk, Operations Engineering,Twitter, noted the importance of the JVM in terms of their multiple-language development environment. Mike Olson, CEO, Cloudera, described his company's Apache Hadoop-based software, support, and training. Mike Milinkovich, Executive Director, Eclipse Foundation, noted that they have about 270 tools projects at Eclipse, with 267 of them written in Java. Milinkovich added that Eclipse will even be going into space in 2013, as part of the control software on various experiments aboard the International Space Station. Lastly, Paul Perrone, CEO, Perrone Robotics, detailed his company's robotics and automation software platform built 100% on Java, including Java SE and Java ME--"on rat, to cat, to elephant-sized systems." Milinkovic noted that communities are by nature so good at innovation because of their very openness--"The more open you make your innovation process, the more ideas are challenged, and the more developers are focused on justifying their choices all the way through the process."From there, Georges Saab, VP Development Java SE OpenJDK, continued the topic of innovation and helping the Java Community to "Make the Future Java." Martijn Verburg, representing the London Java Community (winner of a Duke's Choice Award 2012 for their activity in OpenJDK and JCP), soon joined Saab onstage. Verburg detailed the LJC's "Adopt a JSR" program--"to get day-to-day developers more involved in the innovation that's happening around them."  From its London launching pad, the innovative program has spread to Brazil, Morocco, Latvia, India, and more.Other active participants in the program joined Verburg onstage--Ben Evans, London Java Community; James Gough, Stackthread; Bruno Souza, SOUJava; Richard Warburton, jClarity; and Cecelia Borg, Oracle--OpenJDK Onboarding. Together, the group explored the goals and tasks inherent in the Adopt a JSR program--from organizing hack days (testing prototype implementations), to managing mailing lists and forums, to triaging issues, to evangelism—all with the goal of fostering greater community/developer involvement, but equally importantly, building better open standards. “Come join us, and make your ecosystem better!" urged Verburg.Paul Perrone returned to profile the latest in his company's robotics work around Java--including the AARDBOTS family of smaller robotic vehicles, running the Perrone MAX platform on top of the Java JVM. Perrone took his "Rumbles" four-wheeled robot out for a spin onstage--a roaming, ARM-based security-bot vehicle, complete with IR, ultrasonic, and "cliff" sensors (the latter, for the raised stage at JavaOne). As an ultimate window into the future of robotics, Perrone displayed a "head-set" controller--a sensor directed at the forehead to monitor brainwaves, for the someday-implementation of brain-to-robot control.Then, just when it seemed this might be the end of the day's futuristic offerings, a mystery voice from offstage pronounced "I've got some toys"--proving to be guest-visitor James Gosling, there to explore his cutting-edge work with Liquid Robotics. While most think of robots as something with wheels or arms or lasers, Gosling explained, the Liquid Robotics vehicle is an entirely new and innovative ocean-going 'bot. Looking like a floating surfboard, with an attached set of underwater wings, the autonomous devices roam the oceans using only the energy of ocean waves to propel them, and a single actuated rudder to steer. "We have to accomplish all guidance just by wiggling the rudder," Gosling said. The devices offer applications from self-installing weather buoy, to pollution monitoring station, to marine mammal monitoring device, to climate change data gathering, to even ocean life genomic sampling. The early versions of the vehicle used C code on very tiny industrial micro controllers, where they had to "count the bytes one at a time."  But the latest generation vehicles, which just hit the water a week or so ago, employ an ARM processor running Linux and the ARM version of JDK 7. Gosling explained that vehicle communication from remote locations is achieved via the Iridium satellite network. But because of the costs of this communication path, the data must be sent in very small bursts--using SBD short burst data. "It costs $1/kb, so that rules everything in the software design,” said Gosling. “If you were trying to stream a Netflix video over this, it would cost a million dollars a movie. …We don't have a 'big data' problem," he quipped. There are currently about 150 Liquid Robotics vehicles out traversing the oceans. Gosling demonstrated real time satellite tracking of several vehicles currently at sea, noting that Java is actually particularly good at AI applications--due to the language having garbage collection, which facilitates complex data structures. To close-out his time onstage, Gosling of course participated in the ceremonial Java tee-shirt toss out to the audience…In parting, Chander passed the JavaOne Community Chairperson baton to Stephen Chin, Java Technology Evangelist, Oracle. Onstage in full motorcycle gear, Chin noted that he'll soon be touring Europe by motorcycle, meeting Java Community Members and streaming live via UStream--the ultimate manifestation of community and technology!  He also reminded attendees of the upcoming JavaOne Latin America 2012, São Paulo, Brazil (December 4-6, 2012), and stated that the CFP (call for papers) at the conference has been extended for one more week.   • WebLogic Server Performance and Tuning: Part I - Tuning JVM

    Each WebLogic Server instance runs in its own dedicated Java Virtual Machine (JVM) which is their runtime environment. Every Admin Server in any domain executes within a JVM. The same also applies for Managed Servers. WebLogic Server can be used for a wide variety of applications and services which uses the same runtime environment and resources. Oracle WebLogic ships with 2 different JVM, HotSpot and JRocket but you can choose which JVM you want to use. JVM is designed to optimize itself however it also provides some startup options to make small changes. There are default values for its memory and garbage collection. In real world, you will not want to stick with the default values provided by the JVM rather want to customize these values based on your applications which can produce large gains in performance by making small changes with the JVM parameters. We can tell the garbage collector how to delete garbage and we can also tell JVM how much space to allocate for each generation (of java Objects) or for heap. Remember during the garbage collection no other process is executed within the JVM or runtime, which is called STOP THE WORLD which can affect the overall throughput. Each JVM has its own memory segment called Heap Memory which is the storage for java Objects. These objects can be grouped based on their age like young generation (recently created objects) or old generation (surviving objects that have lived to some extent), etc. A java object is considered garbage when it can no longer be reached from anywhere in the running program. Each generation has its own memory segment within the heap. When this segment gets full, garbage collector deletes all the objects that are marked as garbage to create space. When the old generation space gets full, the JVM performs a major collection to remove the unused objects and reclaim their space. A major garbage collect takes a significant amount of time and can affect system performance. When we create a managed server either on the same machine or on remote machine it gets its initial startup parameters from $DOMAIN_HOME/bin/setDomainEnv.sh/cmd file. By default two parameters are set:     Xms: The initial heapsize     Xmx: The max heapsize Try to set equal initial and max heapsize. The startup time can be a little longer but for long running applications it will provide a better performance. When we set -Xms512m -Xmx1024m, the physical heap size will be 512m. This means that there are pages of memory (in the state of the 512m) that the JVM does not explicitly control. It will be controlled by OS which could be reserve for the other tasks. In this case, it is an advantage if the JVM claims the entire memory at once and try not to spend time to extend when more memory is needed. Also you can use -XX:MaxPermSize (Maximum size of the permanent generation) option for Sun JVM. You should adjust the size accordingly if your application dynamically load and unload a lot of classes in order to optimize the performance. You can set the JVM options/heap size from the following places:     Through the Admin console, in the Server start tab     In the startManagedWeblogic script for the managed servers     $DOMAIN_HOME/bin/startManagedWebLogic.sh/cmd     JAVA_OPTIONS="-Xms1024m -Xmx1024m" ${JAVA_OPTIONS}     In the setDomainEnv script for the managed servers and admin server (domain wide)     USER_MEM_ARGS="-Xms1024m -Xmx1024m" When there is free memory available in the heap but it is too fragmented and not contiguously located to store the object or when there is actually insufficient memory we can get java.lang.OutOfMemoryError. We should create Thread Dump and analyze if that is possible in case of such error. The second option we can use to produce higher throughput is to garbage collection. We can roughly divide GC algorithms into 2 categories: parallel and concurrent. Parallel GC stops the execution of all the application and performs the full GC, this generally provides better throughput but also high latency using all the CPU resources during GC. Concurrent GC on the other hand, produces low latency but also low throughput since it performs GC while application executes. The JRockit JVM provides some useful command-line parameters that to control of its GC scheme like -XgcPrio command-line parameter which takes the following options; XgcPrio:pausetime (To minimize latency, parallel GC) XgcPrio:throughput (To minimize throughput, concurrent GC ) XgcPrio:deterministic (To guarantee maximum pause time, for real time systems) Sun JVM has similar parameters (like  -XX:UseParallelGC or -XX:+UseConcMarkSweepGC) to control its GC scheme. We can add -verbosegc -XX:+PrintGCDetails to monitor indications of a problem with garbage collection. Try configuring JVM’s of all managed servers to execute in -server mode to ensure that it is optimized for a server-side production environment.

  • Hey, Google: It’s Time to Add Multi-Window Multitasking To Android

    In 2012, Google’s Dianne Hackborn threatened to revoke CyanogenMod’s access to the Android Market if they moved forward with adding “Cornerstone” multitasking to their custom ROM. Samsung has since created their own multi-window multitasking feature. Dianne Hackborn said this “is something that needs to be done at the mainline platform level” so apps wouldn’t break. She was right — Android needs this as a standard feature and it’s time for Google to provide it. Doesn’t Android Have Multitasking? Android originally stood out from Apple’s iOS with its powerful multitasking. Applications can continue running in the background while you’re using another application. This makes Android powerful — you can even have BitTorrent clients downloading files in the background while using another app. Android still kept the design of a single app on screen at a time. This made a lot of sense when Android only ran on smartphones with small screens. Today, Android runs on everything from smaller smartphones all the way up to huge “phablets” like the Galaxy Note. Android has gone beyond phones and runs on 12-inch tablets, convertibles with keyboard docks, laptops, and even Android desktops. Android isn’t just a phone operating system. Samsung’s Multi-Window Isn’t Good Enough Samsung has tried to add value to Android by adding a multi-window feature. When you’re using a high-end phone like the Galaxy Note or Galaxy S, or a Galaxy tablet, you have the ability to run certain apps side-by-side with each other. There are big problems here. This only works on Samsung devices, and only on specific Samsung devices. To add support for this feature in a way that doesn’t break other apps, Samsung’s multi-window feature also only works with specific apps. You can’t just run any app in multi-window view, only the apps on the Multi Window bar Samsung provides. This prevents third-party apps from breaking, which is what Google was worried about with CyanogenMod’s Cornerstone feature. A feature that only works with a handful of apps on specific devices from a single manufacturer isn’t good enough. This feature needs to work on every Android device — or at least ones with suitably large screens and powerful enough internals. It needs to be an Android platform feature so application developers can ensure their apps will work properly with it on every device. Android developers shouldn’t have to add support for each manufacturer’s own multi-window feature if other manufacturers decide to copy Samsung. Floating Apps Are a Dirty Hack Floating apps also enable real multitasking. Remember that Android allows apps to run in the background while you’re using an app in the foreground. These apps can present interfaces that appear floating above the current app — think of it like using “always on top” to make a window always appear over every other app on a desktop operating system. You can install floating apps to browse the web, take notes, chat, and watch videos while using any app. Only apps specifically designed to run as floating apps will work, so you have to seek them out. Floating apps are also awkward to use because they float over the app you’re using, blocking parts of its interface. Microsoft added floating-window support to Skype for Android. You can have a video conversation and the other person’s face will always appear on your screen, even when you leave the Skype app. Microsoft is using more of Android’s multi-window multitasking power than Google is. Custom ROMs and Root-Only Tweaks Aren’t Acceptable Some custom ROMs are adding this feature to Android. Google threatened to revoke CyanogenMod’s access to the Android Market (now known as Google Play) if they added this feature because it could potentially break third-party apps. Today, other custom ROMs are working on split-screen multitasking. Samsung added their own version to their own devices. You can also get this feature by using a root-only Xposed Framework tweak known as XMultiWindow. If you have root access, you can get multi-window multitasking or any app on your device. This shouldn’t require rooting your device or installing a custom ROM. These third-party solutions often have awkward interfaces and bugs. We need an integrated, supported solution that works the same on every device. Why Multi-Window is Important Microsoft’s Windows 8.1 stands out among tablet operating systems for its powerful multitasking support, allowing you to view several apps side-by-side at the same time. Apple is also reported to be working on adding side-by-side apps to the iPad with iOS 8. On every competitor’s operating system, you’ll be able to view a web page while you write an email, watch a video while you browse the web, or chat with someone while you do anything else. But Android’s still remained frozen in time. Despite all Android’s underlying power — and despite the way Android allows apps to adapt to different screen sizes — Google is resisting adding this feature. Large-screen Android tablets like the Nexus 10 (remember that tablet Google hasn’t updated in over 18 months?) need this feature. So do huge phones, convertibles, laptops, and Android desktops. If tablets are the future of personal computing, we should be able to do more than one thing at a time on our tablets’ big screens.   • How to Access a Windows Desktop From Your Tablet or Phone

    iPads and Android tablets can’t run Windows apps locally, but they can access a Windows desktops remotely — even with a physical keyboard. In a pinch, the same tricks can be used to access a Windows desktop from a smartphone. Microsoft recently launched their own official Remote Desktop app for iOS and Android devices. Microsoft’s official apps are primarily useful for businesses — if you’re a typical home user, you’ll want to use a different remote desktop solution. Microsoft’s Remote Desktop App Microsoft now offers official Remote Desktop apps for iPad and iPhone as well as Android tablets and smartphones. The apps use Microsoft’s RDP protocol to connect to remote Windows systems. They’re essentially just new clients for the Remote Desktop feature that has been included in Windows for more than a decade. There are big problems with these apps if you’re an average home user. Microsoft’s Remote Desktop server is not available on standard or Home versions of Windows, only Professional and Enterprise editions. If you do have the appropriate edition of Windows, you’ll have to set up port-forwarding and a dynamic DNS service if you want to access your Windows desktop from outside your local network. You could also set up a VPN — either way you’ll need to do some footwork. This app is a gift to businesses who are already using Remote Desktop and enthusiasts who have the more expensive versions of Windows and don’t mind the configuration process. To set this up, follow our guide to setting up Remote Desktop for Internet access and connect using the Remote Desktop app instead of traditional Remote Desktop clients. TeamViewer If you have the standard edition of Windows or you just don’t want to mess around with port-forwarding and dynamic DNS configuration, you’ll want to skip Remote Desktop and use something else. We like TeamViewer for this. Just as it’s a great way to remotely troubleshoot your relatives’ computers, it’s also a great way to remotely access your own computer. It doesn’t have the same limitations Microsoft’s Remote Desktop system has — it’s completely free for personal use, runs on any edition of Windows, and is easy to set up. There’s no messing around with port-forwarding or dynamic DNS configuration. To get started, just download and run the TeamViewer program on your computer. You can get started with it immediately, but you’ll want to set up unattended access to connect remotely without using the codes displayed on your screen. To connect, just install the TeamViewer mobile app and log in with the details the TeamViewer window displays. TeamViewer also offers software that runs on Mac and Linux, so you can remote-control other types of computers from your tablet. Other Options Microsoft’s Remote Desktop app and TeamViewer aren’t the only options, of course. There are a variety of different apps and services built for this. Splashtop is another fairly popular remote desktop solution that some people report as being faster. Unfortunately, it’s not entirely free — the iPad and iPhone app costs $20 at regular price. To use it over the Internet, you’ll have to purchase an additional “Anywhere Access Pack.” If you’re frustrated with TeamViewer’s speed and you don’t mind spending money, you may want to try Splashtop instead. As always, you could use any VNC server along with a VNC client app. VNC is the do-it-yourself solution — it’s an open protocol. Unlike Microsoft’s RDP protocol, you can install a VNC server of your own, configure it how you like, and use any mobile VNC client app. This is more flexible because you can install a VNC server on any edition of Windows or even non-Windows operating systems, but it otherwise has all the same issues — you have to worry about port-forwarding, setting up dynamic DNS, and securing your VNC server. Keep an eye on Chrome Remote Desktop. Chrome already offers a built-in remote desktop feature that allows you to remotely control your PC from another Windows, Mac, Linux, or Chrome OS device. Google is rumored to be building an Android app for Chrome Remote Desktop, which would allow you to easily access a computer running Chrome from Android tablets. Google’s solution is much more user-friendly for average people than Microsoft’s Remote Desktop solution, which is clearly geared towards businesses. Chrome Remote Desktop just requires signing in with a Google account. Remote desktop solutions like Microsoft’s Remote Desktop app and TeamViewer are also available for Windows tablets. On Windows RT devices like the Surface RT and Surface 2, they allow you to use the full Windows desktop that’s unavailable on your tablet.

  • Using a "white list" for extracting terms for Text Mining

    In Part 1 of my post on "Generating cluster names from a document clustering model" (part 1, part 2, part 3), I showed how to build a clustering model from text documents using Oracle Data Miner, which automates preparing data for text mining. In this process we specified a custom stoplist and lexer and relied on Oracle Text to identify important terms.  However, there is an alternative approach, the white list, which uses a thesaurus object with the Oracle Text CTXRULE index to allow you to specify the important terms. INTRODUCTIONA stoplist is used to exclude, i.e., black list, specific words in your documents from being indexed. For example, words like a, if, and, or, and but normally add no value when text mining. Other words can also be excluded if they do not help to differentiate documents, e.g., the word Oracle is ubiquitous in the Oracle product literature. One problem with stoplists is determining which words to specify. This usually requires inspecting the terms that are extracted, manually identifying which ones you don't want, and then re-indexing the documents to determine if you missed any. Since a corpus of documents could contain thousands of words, this could be a tedious exercise. Moreover, since every word is considered as an individual token, a term excluded in one context may be needed to help identify a term in another context. For example, in our Oracle product literature example, the words "Oracle Data Mining" taken individually are not particular helpful. The term "Oracle" may be found in nearly all documents, as with the term "Data." The term "Mining" is more unique, but could also refer to the Mining industry. If we exclude "Oracle" and "Data" by specifying them in the stoplist, we lose valuable information. But it we include them, they may introduce too much noise. Still, when you have a broad vocabulary or don't have a list of specific terms of interest, you rely on the text engine to identify important terms, often by computing the term frequency - inverse document frequency metric. (This is effectively a weight associated with each term indicating its relative importance in a document within a collection of documents. We'll revisit this later.) The results using this technique is often quite valuable. As noted above, an alternative to the subtractive nature of the stoplist is to specify a white list, or a list of terms--perhaps multi-word--that we want to extract and use for data mining. The obvious downside to this approach is the need to specify the set of terms of interest. However, this may not be as daunting a task as it seems. For example, in a given domain (Oracle product literature), there is often a recognized glossary, or a list of keywords and phrases (Oracle product names, industry names, product categories, etc.). Being able to identify multi-word terms, e.g., "Oracle Data Mining" or "Customer Relationship Management" as a single token can greatly increase the quality of the data mining results. The remainder of this post and subsequent posts will focus on how to produce a dataset that contains white list terms, suitable for mining. CREATING A WHITE LIST We'll leverage the thesaurus capability of Oracle Text. Using a thesaurus, we create a set of rules that are in effect our mapping from single and multi-word terms to the tokens used to represent those terms. For example, "Oracle Data Mining" becomes "ORACLEDATAMINING." First, we'll create and populate a mapping table called my_term_token_map. All text has been converted to upper case and values in the TERM column are intended to be mapped to the token in the TOKEN column.   • WWDC and Tech Ed: A Tale of Two DevCons

    Next week marks the first full week of June.  Summer will feel in full swing and it will be a pretty big season for technology.  In seeming acknowledgement of that very fact, both Apple and Microsoft will be holding large developers conferences starting Monday.  Apple will hold its annual Worldwide Developers Conference (WWDC) in lovely San Francisco and Microsoft will hold its Tech Ed conference in muggy, oil-laden yet soulful New Orleans.  A brief survey of each show reveals much about the differences in each company’s offerings, strategy, and approach to customers and partners. In the interest of full disclosure, I must explain that I will be speaking at Microsoft’s Tech Ed show, and have done so, on and off, since 2003.  I have never been to an Apple conference and, as readers of this blog may know, I acquired my first ever Apple product 2 months ago when I bought an iPad on the day of that product’s launch.  I think I have keen insights into Microsoft’s conference.  My ability to comment on Apple’s event ranges somewhere between backseat driver and naive observer.  Just so you know. Although both shows cater to their respective company’s developers, there are a number of differences in the events’ purposes and content approaches.  First off, let’s consider each show as a news and PR vehicle.  WWDC will feature Steve Jobs’ keynote address and most likely will be where Apple officially reveals details of its 4th-generation iPhone. Jobs will likely also provide deep background information on the corresponding iPhone OS release.  These presumed announcements will make the show a magnet for the tech press and tech blogger elite.  Apple’s customers will be interested too, especially since the iPhone OS release will likely be made available to owners of existing iPhone, iPod Touch and iPad devices. Tech Ed, on the other hand, may not be especially newsworthy at all.  The keynote address will be given by Bob Muglia, who is President of the company’s Server and Tools Division, and he’ll likely be reviewing things more than previewing them. That’s because the company has, in the last 6-8 months, already released new versions of a majority of its products, including Windows, Office, SharePoint, SQL Server, Exchange, its Azure cloud platform, its .NET software development layer, its Silverlight Rich Internet Application (RIA) technology and its Visual Studio developer suite.  Redmond’s product pipeline has functioned more like a firehose of late, and the company has a ton of work to do to get developers up to speed on everything that’s new. I know I keep saying “developers,” but in Tech Ed’s case, that’s not really accurate.  In North America, Tech Ed caters to both developers and IT pros (i.e. technologists who work with physical IT infrastructure, as well as security and administration of the server software that runs on it).  This pairing has, since its inception, struck some as anomalous and others, including many exhibitors, as very smart. Certainly, it means Tech Ed ends up being a confab for virtually all professionals in Microsoft’s ecosystem.  And this year, Microsoft’s Business Intelligence (BI) conference will be co-located with Tech Ed, further enhancing that fusion effect. Clearly then, Microsoft’s show will focus on education, as its name assures us.  Apple’s will serve as both a press event and an opportunity to get its own App Store developer channel synced up with its newest technology advances.  For example, we already know that iPhone OS 4.0 will provide for a limited multitasking capability; that will only work well if people know how to code to it in a capable way.  Apple also told us its iAd advertising platform will be part of the new OS, and Steve Jobs insists that’s to provide a revenue opportunity for developers.  This too, then, needs to be explicated and soaked up buy the faithful. A look at each show’s breakout session lineup provides some interesting takeaways.  WWDC will have very few Mac-specific sessions on offer, and virtually no sessions that at are IT- or “Enterprise-“ related.  It’s all about the phone, music players and tablets.  However, WWDC will have plenty of low-level, hardcore tech coverage of such things as Advanced Memory Analysis and Creating Secure Applications, as well as lots of rich media-related content like Core Animation and Game Design and Development.  Beyond Apple’s proprietary platform, WWDC will also feature an array of sessions on HTML 5 and other Web standards.  In all, WWDC offers over 100 technical sessions and hands-on labs. What about Tech Ed’s editorial content?  Like the target audience, it really runs the gamut.  The show has 21 tracks (versus WWDC’s 5) and more than 745 “learning opportunities” which include breakout sessions, demo stations, hands-on labs and BIrds of a Feather discussion sessions.  Topics range from Architecture talks like Patterns of Parallel Programming to cloud computing talks like Building High Capacity Compute Applications with Windows Azure to IT-focused topics like Virtualization of Microsoft SharePoint 2010 Farm Architecture.  I also count 19 sessions on Windows Phone 7.  Unfortunately, with regard to Web standards and HTML 5, only a few sessions are offered, all of them specific to Internet Explorer. All-in-all, Apple’s show looks more exciting and “sexier” than Tech Ed. Microsoft’s show seems a lot more enterprise-focused than WWDC. This is, of course, well in sync with each company’s approach and products.  Microsoft’s content is much wider ranging and bests WWDC in sheer volume of sessions and labs.  I suppose some might argue that less is more; others that Apple’s consumer-focused offerings simply don’t provide for the same depth of coverage to a business audience.  Microsoft has a serious focus on the cloud and  a paucity of coverage on client-side Web standards; Apple has virtually no cloud offering at all.  Again, this reflects each tech titan’s go-to-market strategy. My own take is that employees of each company should attend the other’s event.  The amount of mutual exclusivity in content may make sense in terms of corporate philosophy, but the reality is that each company could stand to diversify into the other’s territory, at least somewhat. My own talk at Tech Ed will focus on competitive analysis around Microsoft’s BI products.  Apple does not today figure into that analysis. Maybe one day it will.

  • SQL SERVER – SSMS: Backup and Restore Events Report

    A DBA wears multiple hats and in fact does more than what an eye can see. One of the core task of a DBA is to take backups. This looks so trivial that most developers shrug this off as the only activity a DBA might be doing. I have huge respect for DBA’s all around the world because even if they seem cool with all the scripting, automation, maintenance works round the clock to keep the business working almost 365 days 24×7, their worth is knowing that one day when the systems / HDD crashes and you have an important delivery to make. So these backup tasks / maintenance jobs that have been done come handy and are no more trivial as they might seem to be as considered by many. So the important question like: “When was the last backup taken?”, “How much time did the last backup take?”, “What type of backup was taken last?” etc are tricky questions and this report lands answers to the same in a jiffy. So the SSMS report, we are talking can be used to find backups and restore operation done for the selected database. Whenever we perform any backup or restore operation, the information is stored in the msdb database. This report can utilize that information and provide information about the size, time taken and also the file location for those operations. Here is how this report can be launched.   Once we launch this report, we can see 4 major sections shown as listed below. Average Time Taken For Backup Operations Successful Backup Operations Backup Operation Errors Successful Restore Operations Let us look at each section next. Average Time Taken For Backup Operations Information shown in “Average Time Taken For Backup Operations” section is taken from a backupset table in the msdb database. This is an important piece of backup operation which might help you in planning maintenance windows. Successful Backup Operations Here is the expanded version of this section.   This information is derived from various backup tracking tables from msdb database.  Here is the simplified version of the query which can be used separately as well. SELECT * FROM sys.databases t1 INNER JOIN backupset t3 ON (t3.database_name = t1.name) LEFT OUTER JOIN backupmediaset t5 ON ( t3.media_set_id = t5.media_set_id) LEFT OUTER JOIN backupmediafamily t6 ON ( t6.media_set_id = t5.media_set_id) WHERE (t1.name = N'AdventureWorks2014') ORDER BY backup_start_date DESC,t3.backup_set_id,t6.physical_device_name; The report does some calculations to show the data in a more readable format. For example, the backup size is shown in KB, MB or GB. I have expanded first row by clicking on (+) on “Device type” column. That has shown me the path of the physical backup file. Personally looking at this section, the Backup Size, Device Type and Backup Name are critical and are worth a note. As mentioned in the previous section, this section also has the Duration embedded inside it. Backup Operation Errors This section of the report gets data from default trace. You might wonder how. One of the event which is tracked by default trace is “ErrorLog”. This means that whatever message is written to errorlog gets written to default trace file as well. Interestingly, whenever there is a backup failure, an error message is written to ERRORLOG and hence default trace. This section takes advantage of that and shows the information. We can read below message under this section, which confirms above logic. No backup operations errors occurred for (AdventureWorks2014) database in the recent past or default trace is not enabled. Successful Restore Operations This section may not be very useful in production server (do you perform a restore of database?) but might be useful in the development and log shipping secondary environment, where we might be interested to see restore operations for a particular database. Here is the expanded version of the section. To fill this section of the report, I have restored the same backups which were taken to populate earlier sections. Here is the simplified version of the query used to populate this output. Are they in sync and do we have scope for improvements? Then this is the report to analyze after a week or month of maintenance plans running in your database.   • Seven Worlds will collide…. High Availability BI is not such a Distant Sun.

    Over the last 5 years I have observed Microsoft persevere with the notion of Self Service BI over a series of conferences as far back as SQLBits V in Newport. The release of SQL Server 2012, improvements in Excel and the integration with SharePoint 2010 is making this a reality. Business users are now empowered to create their own BI reports through a number of different technologies such as PowerPivot, PowerView and Report Builder. This opens up a whole new way of working; improving staff productivity, promoting efficient decision making and delivering timely business reports. There is, however; a serious question to answer. What happens should any of these applications become unavailable? More to the point, how would the business react should key business users be unable to fulfil reporting requests for key management meetings when they require it?  While the introduction of self-service BI will provide instant access to the creation of management information reports, it will also cause instant support calls should the access to the data become unavailable. These are questions that are often overlooked when a business evaluates the need for self-service BI. But as I have written in other blog posts, the thirst for information is unquenchable once the business users have access to the data. When they are unable to access the information, you will be the first to know about it and will be expected to have a resolution to the downtime as soon as possible. The world of self-service BI is pushing reporting and analytical databases to the tier 1 application level for some of Coeo’s customers. A level that is traditionally associated with mission critical OLTP environments. There is recognition that by making BI readily available to the business user, provisions also need to be made to ensure that the solution is highly available so that there is minimal disruption to the business. This is where High Availability BI infrastructures provide a solution. As there is a convergence of technologies to support a self-service BI culture, there is also a convergence of technologies that need to be understood in order to provide the high availability architecture required to support the self-service BI infrastructure. While you may not be the individual that implements these components, understanding the concepts behind these components will empower you to have meaningful discussions with the right people should you put this infrastructure in place. There are 7 worlds that you will have to understand to successfully implement a highly available BI infrastructure   1.       Server/Virtualised server hardware/software 2.       DNS 3.       Network Load Balancing 4.       Active Directory 5.       Kerberos 6.       SharePoint 7.       SQL Server I have found myself over the last 6 months reaching out to knowledge that I learnt years ago when I studied for the Windows 2000 and 2003 (MCSE) Microsoft Certified System Engineer. (To the point that I am resuming my studies for the Windows Server 2008 equivalent to be up to date with newer technologies) This knowledge has proved very useful in the numerous engagements I have undertaken since being at Coeo, particularly when dealing with High Availability Infrastructures. As a result of running my session at SQLBits X and SQL Saturday in Dublin, the feedback I have received has been that many individuals desire to understand more of the concepts behind the first 6 “worlds” in the list above. Over the coming weeks, a series of blog posts will be put on this site to help understand the key concepts of each area as it pertains to a High Availability BI Infrastructure. Each post will not provide exhaustive coverage of the topic. For example DNS can be a book in its own right when you consider that there are so many different configuration options with Forward Lookup, Reverse Lookups, AD Integrated Zones and DNA forwarders to name some examples. What I want to do is share the pertinent points as it pertains to the BI infrastructure that you build so that you are equipped with the knowledge to have the right discussion when planning this infrastructure.
