  • Oracle Tutor: Top 10 to Implement Sustainable Policies and Procedures

    Overview Your organization (executives, managers, and employees) understands the value of having written business process documents (process maps, procedures, instructions, reference documents, and form abstracts). Policies and procedures should be documented because they help to reduce the range of individual decisions and encourage management by exception: the manager only needs to give special attention to unusual problems, not covered by a specific policy or procedure. As more and more procedures are written to cover recurring situations, managers will begin to make decisions which will be consistent from one functional area to the next.Companies should take a project management approach when implementing an environment for a sustainable documentation program and do the following:1. Identify an Executive Champion2. Put together a winning team3. Assign ownership4. Centralize publishing5. Establish the Document Maintenance Process Up Front6. Document critical activities only7. Document actual practice8. Minimize documentation9. Support continuous improvement10. Keep it simple 1. Identify an Executive ChampionAppoint a top down driver. Select one key individual to be a mentor for the procedure planning team. The individual should be a senior manager, such as your company president, CIO, CFO, the vice-president of quality, manufacturing, or engineering. Written policies and procedures can be important supportive aids when known to express the thinking for the chief executive officer and / or the president and to have his or her full support. 2. Put Together a Winning TeamChoose a strong Project Management Leader and staff the procedure planning team with management members from cross functional groups. Make sure team members have the responsibility - and the authority - to make things happen.The winning team should consist of the Documentation Project Manager, Document Owners (one for each functional area), a Document Controller, and Document Specialists (as needed). The Tutor Implementation Guide has complete job descriptions for these roles. 3. Assign Ownership It is virtually impossible to keep process documentation simple and meaningful if employees who are far removed from the activity itself create it. It is impossible to keep documentation up-to-date when responsibility for the document is not clearly understood.Key to the Tutor methodology, therefore, is the concept of ownership. Each document has a single owner, who is responsible for ensuring that the document is necessary and that it reflects actual practice. The owner must be a person who is knowledgeable about the activity and who has the authority to build consensus among the persons who participate in the activity as well as the authority to define or change the way an activity is performed. The owner must be an advocate of the performers and negotiate, not dictate practices.In the Tutor environment, a document's owner is the only person with the authority to approve an update to that document. 4. Centralize Publishing Although it is tempting (especially in a networked environment and with document management software solutions) to decentralize the control of all documents -- with each owner updating and distributing his own -- Tutor promotes centralized publishing by assigning the Document Administrator (gate keeper) to manage the updates and distribution of the procedures library. 5. Establish a Document Maintenance Process Up Front (and stick to it) Everyone in your organization should know they are invited to suggest changes to procedures and should understand exactly what steps to take to do so. Tutor provides a set of procedures to help your company set up a healthy document control system. There are many document management products available to automate some of the document change and maintenance steps. Depending on the size of your organization, a simple document management system can reduce the effort it takes to track and distribute document changes and updates. Whether your company decides to store the written policies and procedures on a file server or in a database, the essential tasks for maintaining documents are the same, though some tasks are automated. 6. Document Critical Activities Only The best way to keep your documentation simple is to reduce the number of process documents to a bare minimum and to include in those documents only as much detail as is absolutely necessary. The first step to reducing process documentation is to document only those activities that are deemed critical. Not all activities require documentation. In fact, some critical activities cannot and should not be standardized. Others may be sufficiently documented with an instruction or a checklist and may not require a procedure. A document should only be created when it enhances the performance of the employee performing the activity. If it does not help the employee, then there is no reason to maintain the document. Activities that represent little risk (such as project status), activities that cannot be defined in terms of specific tasks (such as product research), and activities that can be performed in a variety of ways (such as advertising) often do not require documentation. Sometimes, an activity will evolve to the point where documentation is necessary. For example, an activity performed by single employee may be straightforward and uncomplicated -- that is, until the activity is performed by multiple employees. Sometimes, it is the interaction between co-workers that necessitates documentation; sometimes, it is the complexity or the diversity of the activity.7. Document Actual Practices The only reason to maintain process documentation is to enhance the performance of the employee performing the activity. And documentation can only enhance performance if it reflects reality -- that is, current best practice. Documentation that reflects an unattainable ideal or outdated practices will end up on the shelf, unused and forgotten.Documenting actual practice means (1) auditing the activity to understand how the work is really performed, (2) identifying best practices with employees who are involved in the activity, (3) building consensus so that everyone agrees on a common method, and (4) recording that consensus.8. Minimize Documentation One way to keep it simple is to document at the highest level possible. That is, include in your documents only as much detail as is absolutely necessary.When writing a document, you should ask yourself, What is the purpose of this document? That is, what problem will it solve?By focusing on this question, you can target the critical information.• What questions are the end users likely to have?• What level of detail is required?• Is any of this information extraneous to the document's purpose? Short, concise documents are user friendly and they are easier to keep up to date. 9. Support Continuous Improvement Employees who perform an activity are often in the best position to identify improvements to the process. In other words, continuous improvement is a natural byproduct of the work itself -- but only if the improvements are communicated to all employees who are involved in the process, and only if there is consensus among those employees.Traditionally, process documentation has been used to dictate performance, to limit employees' actions. In the Tutor environment, process documents are used to communicate improvements identified by employees. How does this work? The Tutor methodology requires a process document to reflect actual practice, so the owner of a document must routinely audit its content -- does the document match what the employees are doing? If it doesn't, the owner has the responsibility to evaluate the process, to build consensus among the employees, to identify "best practices," and to communicate these improvements via a document update. Continuous improvement can also be an outgrowth of corrective action -- but only if the solutions to problems are communicated effectively. The goal should be to solve a problem once and only once, which means not only identifying the solution, but ensuring that the solution becomes part of the process. The Tutor system provides the method through which improvements and solutions are documented and communicated to all affected employees in a cost-effective, timely manner; it ensures that improvements are not lost or confined to a single employee. 10. Keep it Simple Process documents don't have to be complex and unfriendly. In fact, the simpler the format and organization, the more likely the documents will be used. And the simpler the method of maintenance, the more likely the documents will be kept up-to-date. Keep it simply by:• Minimizing skills and training required• Following the established Tutor document format and layout• Avoiding technology just for technology's sake No other rule has as major an impact on the success of your internal documentation as -- keep it simple.   • How should I make searching a relational database more efficient?

    This is in the scope of a web application. I have a database which has a few nested relations. There is a feature which depicts the history of a large chain of relations. It is essentially a data analysis feature. The issue is that in order to search, a large object graph must be loaded - the loading time for this object graph is not quick enough to be viable. The problem is that without loading the whole graph it makes searching from a single string nearly impossible. In order to search, explicit fields must be specified and the search data supplied. Is there a design pattern for exposing the data in a way which facilitates a single string search instead of having to explicitly define parameters?

  • Automatically analyze excel files

    I have to replicate a manual generation of a large number of excel files. I started to manually track the relations between cells ( files, formulas, etc). I also had a talk with the person which generates those files. For now I have a general understanding about how the excel files are generated, but "devil is in the details". I assume that I can write a script which will generate the hierarchy between cells and files, but this might require the same effort as manually noticing the relations. Also, I'm afraid that I'm not too experienced and my app is more prone to error approach than a manual analyze. How to handle this problem? Do you know about an open source project which analyze the excel files in a recursive mode following the formulas ?

  • JPA 2.1 Schema Generation (TOTD #187)

    This blog explained some of the key features of JPA 2.1 earlier. Since then Schema Generation has been added to JPA 2.1. This Tip Of The Day (TOTD) will provide more details about this new feature in JPA 2.1. Schema Generation refers to generation of database artifacts like tables, indexes, and constraints in a database schema. It may or may not involve generation of a proper database schema depending upon the credentials and authorization of the user. This helps in prototyping of your application where the required artifacts are generated either prior to application deployment or as part of EntityManagerFactory creation. This is also useful in environments that require provisioning database on demand, e.g. in a cloud. This feature will allow your JPA domain object model to be directly generated in a database. The generated schema may need to be tuned for actual production environment. This usecase is supported by allowing the schema generation to occur into DDL scripts which can then be further tuned by a DBA. The following set of properties in persistence.xml or specified during EntityManagerFactory creation controls the behaviour of schema generation. Property Name Purpose Values javax.persistence.schema-generation-action Controls action to be taken by persistence provider "none", "create", "drop-and-create", "drop" javax.persistence.schema-generation-target Controls whehter schema to be created in database, whether DDL scripts are to be created, or both "database", "scripts", "database-and-scripts" javax.persistence.ddl-create-script-target, javax.persistence.ddl-drop-script-target Controls target locations for writing of scripts. Writers are pre-configured for the persistence provider. Need to be specified only if scripts are to be generated. java.io.Writer (e.g. MyWriter.class) or URL strings javax.persistence.ddl-create-script-source, javax.persistence.ddl-drop-script-source Specifies locations from which DDL scripts are to be read. For example, @Table, @Column, @CollectionTable, @JoinTable, @JoinColumn, are used to define the generated schema. Several layers of defaulting may be involved. For example, the table name is defaulted from entity name and entity name (which can be specified explicitly as well) is defaulted from the class name. However annotations may be used to override or customize the values. The following entity class: @Entity public class Employee {    @Id private int id;    private String name;     . . .     @ManyToOne     private Department dept; } is generated in the database with the following attributes: Maps to EMPLOYEE table in default schema "id" field is mapped to ID column as primary key "name" is mapped to NAME column with a default VARCHAR(255). The length of this field can be easily tuned using @Column. @ManyToOne is mapped to DEPT_ID foreign key column. Can be customized using JOIN_COLUMN. In addition to these properties, couple of new annotations are added to JPA 2.1: @Index - An index for the primary key is generated by default in a database. This new annotation will allow to define additional indexes, over a single or multiple columns, for a better performance. This is specified as part of @Table, @SecondaryTable, @CollectionTable, @JoinTable, and @TableGenerator. For example: @Table(indexes = {@Index(columnList="NAME"), @Index(columnList="DEPT_ID DESC")})@Entity public class Employee {    . . .} The generated table will have a default index on the primary key. In addition, two new indexes are defined on the NAME column (default ascending) and the foreign key that maps to the department in descending order. @ForeignKey - It is used to define foreign key constraint or to otherwise override or disable the persistence provider's default foreign key definition. Can be specified as part of JoinColumn(s), MapKeyJoinColumn(s), PrimaryKeyJoinColumn(s). For example: @Entity public class Employee {    @Id private int id;    private String name;    @ManyToOne    @JoinColumn(foreignKey=@ForeignKey(foreignKeyDefinition="FOREIGN KEY (MANAGER_ID) REFERENCES MANAGER"))    private Manager manager;     . . . } In this entity, the employee's manager is mapped by MANAGER_ID column in the MANAGER table. These features will be available in GlassFish 4 promoted builds in the near future. JPA 2.1 will be delivered as part of Java EE 7.   • Session is working in Localhost Properly but not Online (Cpanel)

  • Batch update users on Active Directory

    We have around 1000 users in the Active Directory (on Windows 2008 R2) and we would like to batch update a field (student/employee ID number) from the school management system into their existing Active Directory accounts. Obviously, each student/employee ID is unique and needs to be matched to their current Active Directory account. How can this be done? Is there a tool available for this purpose?

    I'm pretty new to Sharepoint and what I would like to do is create a huge master list of all our employees and then make different "views" on that person depending on the persons group For example: A new employee might have Salary info Security info Personnel info Contract info I would like to have all that in one row (per employee) but then when someone from the hr group logs in they can only see Personnel and Salary or something like that. If that is not an option is there a way to link tables across different lists?

    If I have a text file in Unix that contains N-many independent entries (e.g. records about employees, where each employee has a separate record), is it expected that this file will take up less space than if I split the file into N files, each containing the entry for one employee? in other words, can one save significant space on unix file systems by concatenating many files together, or is the difference negligible? thanks.

  • Compare 2 sets of data in Excel and returning a value when multiple columns match

    I have a data set for employees that contains name and 3 attributes (job function, job grade and location). I then have a data set for open positions that contains the requisition number and 3 attributes (job function, job grade and job location). For every employee, i would like the three attributes associated with them compared to the same three attributes of the open positions and have the cooresponding requisition numbers displayed for each employee where there is a match.

  • Silverlight using WCF Ria with POCOS gives edit operation error

    Hi, I have converted an Entity framework project to use POCO objects by removing the entity data model and the domain service and meta data classes. My silverlight project works as it is showing a datagrid of Employee objects. I have not added a DataForm and when I modify the "name" property of one of my Employee objects, I get the error: This EntitySet of type 'TestEmployeesApp.Web.Employee' does not support the 'Edit' operation. The error occurs on validatingProperty() on the class Entity on the client side. I checked the metadata on the server side, and all my properties have the attribute Editable(true). I am using Silverlight 3 with VS2008. JD

For example: CREATE TABLE Employee ( empId BIGINT NOT NULL AUTO_INCREMENT, empName VARCHAR(100) NOT NULL, managerId BIGINT, CONSTRAINT pk_employee PRIMARY KEY (empId) ) Here, the managerId column may be null, or may point to another row of the Employee table. Business rule requires the Employee to know about all his reportees and for him to know about his/her manager. The business rules also allow rows to have null managerId (the CEO of the organisation doesn't have a manager). How do we map this relationship in Hibernate, standard many-to-one relationship doesn't work here? Example code would be appreciated.

    Hello , I have to design a complex webreport with DevExpress Xtrareport .I have to pull data from 40 different tables on user selection and show on the Report. So I have designed in this way. On the design form I am giving the user to select the department section and project. with three dropdowns A) select the report , B) Sort by , C)Filter By A) Select the report contains different types like family status, insurance type etc ..total 40 types. B) Sort by will contain by employee number, date of birth , Salary , and many more C) Filter by will contain like employee on vacation, or employee terminated etc etc. Now for a single webreport I am first taking a DataSource and binding data to labels. to achieve the above webreport I have to take 40 different Datasource and I have to assign to the labels? Should I be doing this?

    Hi, is there any chance of getting the output from a MySQL query directly to XML? Im referring to something like MSSQL has with SQL-XML plugin, for example: SELECT * FROM table WHERE 1 FOR XML AUTO returns text (or xml data type in MSSQL to be precise) which contains an XML markup structure generated according to the columns in the table. With SQL-XML there is also an option of explicitly defining the output XML structure like this: SELECT 1 AS tag, NULL AS parent, emp_id AS [employee!1!emp_id], cust_id AS [customer!2!cust_id], region AS [customer!2!region] FROM table FOR XML EXPLICIT which generates an XML code as follows: <employee emp_id='129'> <customer cust_id='107' region='Eastern'/> </employee> Do you have any clues how to achieve this in MySQL?     I'm trying to display paged data out of a grails domain object. For example: I have a domain object Employee with the properties firstName and lastName which are transient, and when invoking their setter/getter methods they encrypt/decrypt the data. The data is saved in the database in encrypted binary format, thus not sortable by those fields. And yet again, not sortable by transient ones either, as noted in: http://www.grails.org/GSP+Tag+-+sortableColumn . That time problem was resolved himself (without any actions from my side, with Visual Studio restart). At the moment, I had the same problem on another PC (Vista x64, VS2008, Silverlight 3.0, RIA Services Toolkit): ThomasDomainContext class that inherits DomainContext was not visible from the page's codebehind file. Again, it was resolved after VS restart and after that I got another problem: Error 1 'VfmElita.Web.ClientBin.ThomasDomainContext' does not contain a definition for 'employee' and no extension method 'employee' accepting a first argument of type 'VfmElita.Web.ClientBin.ThomasDomainContext' could be found (are you missing a using directive or an assembly reference?) D:\Project\Budda\VFMElita\VfmElitaSilverlightClient\MainPage.xaml.cs for the following lines of code (error is noticed for the 31st line): 30: var context = new ThomasDomainContext(); 31: grid1.ItemsSource = context.employee; 32: context.Load(context.GetEmployeeQuery()); Any help is welcome.   • How to force programs out of swap file when a resources-intensive batch finishes?

    We use employees' desktops for CPU-intensive simulation during the night. Desktops run Windows - usually Windows XP. Employees don't log off, they just lock the desktops, switch off their monitors and go. Every employee has a configuration file which he can edit to specify when he is most likely out of office. When that time comes a background program grabs data for simulation from the server, spawns worker processes, watches them, gets results and sends them to the server. When the time specified by the employee elapses simulation stops so that normal desktop usage is not interfered. The problem is that simuation consumes a lot of memory, so when the worker processes run they force other programs into the swap file. So when the employee comes all the programs he left are luggish and slow until he opens them one by one so that they are unswapped. Is there a way the program can force other programs out of swap file when it stops simulation so that they again run smoothly?
