  • Processing Email in Outlook

    A. Why Goal 1 = Help others: Have at most a 24-hour response turnaround to internal (from colleague) emails, typically achieving same day response. Goal 2 = Help projects: Not to implicitly pass/miss an opportunity to have impact on electronic discussions around any project on the radar. Not achieving goals 1 & 2 = Colleagues stop relying on you, drop you off conversations, don't see you as a contributing resource or someone that cares, you are perceived as someone with no peripheral vision. Note this is perfect if all you are doing is cruising at your job, trying to fly under the radar, with no ambitions of having impact beyond your absolute minimum 'day job'. B. DON'T: Leave unread email lurking around Don't: Receive or process all incoming emails in a single folder ('inbox' or 'unread mail'). This is actually possible if you receive a small number of emails (e.g. new to the job, not working at a company like Microsoft). Even so, with (your future) success at any level (company, community) comes large incoming email, so learn to deal with it. With large volumes, it is best to let the system help you by doing some categorization and filtering on your behalf (instead of trying to do that in your head as you process the single folder). See later section on how to achieve this. Don't: Leave emails as 'unread' (or worse: read them, then mark them as unread). Often done by individuals who think they possess super powers ("I can mentally cache and distinguish between the emails I chose not to read, the ones that are actually new, and the ones I decided to revisit in the future; the fact that they all show up the same (bold = unread) does not confuse me"). Interactions with this super-powered individuals typically end up with them saying stuff like "I must have missed that email you are talking about (from 2 weeks ago)" or "I am a bit behind, so I haven't read your email, can you remind me". TIP: The only place where you are "allowed" unread email is in your Deleted Items folder. Don't: Interpret a read email as an email that has been processed. Doing that, means you will always end up with fake unread email (that you have actually read, but haven't dealt with completely so you then marked it as unread) lurking between actual unread email. Another side effect is reading the email and making a 'mental' note to action it, then leaving the email as read, so the only thing left to remind you to carry out the action is… you. You are not super human, you will forget. This is a key distinction. Reading (or even scanning) a new email, means you now know what needs to be done with it, in order for it to be truly considered processed. Truly processing an email is to, for example, write an email of your own (e.g. to reply or forward), or take a non-email related action (e.g. create calendar entry, do something on some website), or read it carefully to gain some knowledge (e.g. it had a spec as an attachment), or keep it around as reference etc. 'Reading' means that you know what to do, not that you have done it. An email that is read is an email that is triaged, not an email that is resolved. Sometimes the thing that needs to be done based on receiving the email, you can (and want) to do immediately after reading the email. That is fine, you read the email and you processed it (typically when it takes no longer than X minutes, where X is your personal tolerance – mine is roughly 2 minutes). Other times, you decide that you don't want to spend X minutes at that moment, so after reading the email you need a quick system for "marking" the email as to be processed later (and you still leave it as 'read' in outlook). See later section for how. C. DO: Use Outlook rules and have multiple folders where incoming email is automatically moved to Outlook email rules are very powerful and easy to configure. Use them to automatically file email into folders. Here are mine (note that if a rule catches an email message then no further rules get processed): "personal" Email is either personal or business related. Almost all personal email goes to my gmail account. The personal emails that end up on my work email account, go to a dedicated folder – that is achieved via a rule that looks at the email's 'From' field. For those that slip through, I use the new Outlook 2010  quick step of "Conversation To Folder" feature to let the slippage only occur once per conversation, and then update my rules. "External" and "ViaBlog" The remaining external emails either come from my blog (rule on the subject line) or are unsolicited (rule on the domain name not being microsoft) and they are filed accordingly. "invites" I may do a separate blog post on calendar management, but suffice to say it should be kept up to date. All invite requests end up in this folder, so that even if mail gets out of control, the calendar can stay under control (only 1 folder to check). I.e. so I can let the organizer know why I won't be attending their meeting (or that I will be). Note: This folder is the only one that shows the total number of items in it, instead of the total unread. "Inbox" The only email that ends up here is email sent TO me and me only. Note that this is also the only email that shows up above the systray icon in the notification toast – all other emails cannot interrupt. "ToMe++" Email where I am on the TO line, but there are other recipients as well (on the TO or CC line). "CC" Email where I am on the CC line. I need to read these, but nobody is expecting a response or action from me so they are not as urgent (and if they are and follow up with me, they'll receive a link to this). "@ XYZ" Emails to aliases that are about projects that I directly work on (and I wasn't on the TO or CC line, of course). Test: these projects are in my commitments that I get measured on at the end of the year. "Z Mass" and subfolders under it per distribution list (DL) Emails to aliases that are about topics that I am interested in, but not that I formally own/contribute to. Test: if I unsubscribed from these aliases, nobody could rightfully complain. "Admin" folder, which resides under "Z Mass" folder Emails to aliases that I was added typically by an admin, e.g. broad emails to the floor/group/org/building/division/company that I am a member of. "BCC" folder, which resides under "Z Mass" Emails where I was not on the TO or the CC line explicitly and the alias it was sent to is not one I explicitly subscribed to (or I have been added to the BCC line, which I briefly touched on in another post). When there are only a few quick minutes to catch up on email, read as much as possible from these folders, in this order: Invites, Inbox, ToMe++. Only when these folders are all read (remember that doesn't mean that each email in them has been fully dealt with), we can move on to the @XYZ and then the CC folders. Only when those are read we can go on to the remaining folders. Note that the typical flow in the "Z Mass" subfolders is to scan subject lines and use the new Ctrl+Delete Outlook 2010 feature to ignore conversations. D. DO: Use Outlook Search folders in combination with categories As you process each folder, when you open a new email (i.e. click on it and read it in the preview pane) the email becomes read and stays read and you have to decide whether: It can take 2 minutes to deal with for good, right now, or It will take longer than 2 minutes, so it needs to be postponed with a clear next step, which is one of ToReply – there may be intermediate action steps, but ultimately someone else needs to receive email about this Action – no email is required, but I need to do something ReadLater – no email is required from the quick scan, but this is too long to fully read now, so it needs to be read it later WaitingFor – the email is informing of an intermediate status and 'promising' a future email update. Need to track. SomedayMaybe – interesting but not important, non-urgent, non-time-bound information. I may want to spend part of one of my weekends reading it. For all these 'next steps' use Outlook categories (right click on the email and assign category, or use shortcut key). Note that I also use category 'WaitingFor' for email that I send where I am expecting a response and need to track it. Create a new search folder for each category (I dragged the search folders into my favorites at the top left of Outlook, above my inboxes). So after the activity of reading/triaging email in the normal folders (where the email arrived) is done, the result is a bunch of emails appearing in the search folders (configure them to show the total items, not the total unread items). To actually process email (that takes more than 2 minutes to deal with) process the search folders, starting with ToReply and Action. E. DO: Get into a Routine Now you have a system in place, get into a routine of using it. Here is how I personally use mine, but this part I keep tweaking: Spend short bursts of time (between meetings, during boring but mandatory meetings and, in general, 2-4 times a day) aiming to have no unread emails (and in the process deal with some emails that take less than 2 minutes). Spend around 30 minutes at the end of each day processing most urgent items in search folders. Spend as long as it takes each Friday (or even the weekend) ensuring there is no unnecessary email baggage carried forward to the following week. F.   • SharePoint: Can't Connect to a Configuration Database When Using Configuration Wizard

    Hello everyone. I wonder if you could help me with the following problem: We have a SharePoint farm consisted of two servers with an NLB (a load balancer), a database server and an index server (4 servers in total). The issues initially appeared when we were trying to change Search settings via Shared services provider and an error was appearing with the message I can’t even remember now. To fix that problem, we decided to restart Search services on the Index server via Central Administration… and the process had stuck with a status “stopping” for several days. We’ve found a few solutions on the forums, but nothing had helped. Then we’ve tried to exclude the Index server from the farm, but yet again, Search services would not stop. However, after a week we’ve noticed that the services finally stopped. That was a prologue. So, after the Search services have finally stopped, we decided to return the Index server back to the farm via the SharePoint Configuration wizard. When we click on a button “Search database instances” (don’t know the exact name in English, we have a Russian version), a correct database name and user are automatically appear in the relevant fields. Then we supply a password for the user and click “next” two times and the configuration begins. Unfortunately, at the second stage we receive the error “Could not connect to a configuration database” with the exception in the log file: “Exception: System.Reflection.TargetInvocationException: Exception has been thrown by the target of an invocation.” Now we can’t figure out why the configuration wizard can’t connect to the configuration database. Any suggestions will be really appreciated.

  • Revisiting ANTS Performance Profiler 7.4

    Last year, I did a small review on the ANTS Performance Profiler 6.3, now that it’s a year later and a major version number higher, I thought I’d revisit the review and revise my last post. This post will take the same examples as the original post and update them to show what’s new in version 7.4 of the profiler. Background A performance profiler’s main job is to keep track of how much time is typically spent in each unit of code. This helps when we have a program that is not running at the performance we expect, and we want to know where the program is experiencing issues. There are many profilers out there of varying capabilities. Red Gate’s typically seem to be the very easy to “jump in” and get started with very little training required. So let’s dig into the Performance Profiler. I’ve constructed a very crude program with some obvious inefficiencies. It’s a simple program that generates random order numbers (or really could be any unique identifier), adds it to a list, sorts the list, then finds the max and min number in the list. Visual Studio Integration First, let’s look at how the ANTS profilers integrate with Visual Studio’s menu system. Once you install the ANTS profilers, you will get an ANTS menu item with several options: Notice that you can either Profile Performance or Launch ANTS Performance Profiler. These sound similar but achieve two slightly different actions: Profile Performance: this immediately launches the profiler with all defaults selected to profile the active project in Visual Studio. Launch ANTS Performance Profiler: this launches the profiler much the same way as starting it from the Start Menu. The profiler will pre-populate the application and path information, but allow you to change the settings before beginning the profile run. So really, the main difference is that Profile Performance immediately begins profiling with the default selections, where Launch ANTS Performance Profiler allows you to change the defaults and attach to an already-running application. Let’s Fire it Up! So when you fire up ANTS either via Start Menu or Launch ANTS Performance Profiler menu in Visual Studio, you are presented with a very simple dialog to get you started: Notice you can choose from many different options for application type. You can profile executables, services, web applications, or just attach to a running process. In fact, in version 7.4 we see two new options added: ASP.NET Web Application (IIS Express) SharePoint web application (IIS) So this gives us an additional way to profile ASP.NET applications and the ability to profile SharePoint applications as well. You can also choose your level of detail in the Profiling Mode drop down. If you choose Line-Level and method-level timings detail, you will get a lot more detail on the method durations, but this will also slow down profiling somewhat. If you really need the profiler to be as unintrusive as possible, you can change it to Sample method-level timings. This is performing very light profiling, where basically the profiler collects timings of a method by examining the call-stack at given intervals. Which method you choose depends a lot on how much detail you need to find the issue and how sensitive your program issues are to timing. So for our example, let’s just go with the line and method timing detail. So, we check that all the options are correct (if you launch from VS2010, the executable and path are filled in already), and fire it up by clicking the [Start Profiling] button. Profiling the Application Once you start profiling the application, you will see a real-time graph of CPU usage that will indicate how much your application is using the CPU(s) on your system. During this time, you can select segments of the graph and bookmark them, giving them mnemonic names. This can be useful if you want to compare performance in one part of the run to another part of the run. Notice that once you select a block, it will give you the call tree breakdown for that selection only, and the relative performance of those calls. Once you feel you have collected enough information, you can click [Stop Profiling] to stop the application run and information collection and begin a more thorough analysis. Analyzing Method Timings So now that we’ve halted the run, we can look around the GUI and see what we can see. By default, the times are shown in terms of percentage of time of the total run of the application, though you can change it in the View menu item to milliseconds, ticks, or seconds as well. This won’t affect the percentages of methods, it only affects what units the times are shown. Notice also that the major hotspot seems to be in a method without source, ANTS Profiler will filter these out by default, but you can right-click on the line and remove the filter to see more detail. This proves especially handy when a bottleneck is due to a method in the BCL. So now that we’ve removed the filter, we see a bit more detail: In addition, ANTS Performance Profiler gives you the ability to decompile the methods without source so that you can dive even deeper, though typically this isn’t necessary for our purposes. When looking at timings, there are generally two types of timings for each method call: Time: This is the time spent ONLY in this method, not including calls this method makes to other methods. Time With Children: This is the total of time spent in both this method AND including calls this method makes to other methods. In other words, the Time tells you how much work is being done exclusively in this method, and the Time With Children tells you how much work is being done inclusively in this method and everything it calls. You can also choose to display the methods in a tree or in a grid. The tree view is the default and it shows the method calls arranged in terms of the tree representing all method calls and the parent method that called them, etc. This is useful for when you find a hot-spot method, you can see who is calling it to determine if the problem is the method itself, or if it is being called too many times. The grid method represents each method only once with its totals and is useful for quickly seeing what method is the trouble spot. In addition, you can choose to display Methods with source which are generally the methods you wrote (as opposed to native or BCL code), or Any Method which shows not only your methods, but also native calls, JIT overhead, synchronization waits, etc. So these are just two ways of viewing the same data, and you’re free to choose the organization that best suits what information you are after. Analyzing Method Source If we look at the timings above, we see that our AddToList() method (and in particular, it’s call to the List<T>.Sort() method in the BCL) is the hot-spot in this analysis. If ANTS sees a method that is consuming the most time, it will flag it as a hot-spot to help call out potential areas of concern. This doesn’t mean the other statistics aren’t meaningful, but that the hot-spot is most likely going to be your biggest bang-for-the-buck to concentrate on. So let’s select the AddToList() method, and see what it shows in the source window below: Notice the source breakout in the bottom pane when you select a method (from either tree or grid view). This shows you the timings in this method per line of code. This gives you a major indicator of where the trouble-spot in this method is. So in this case, we see that performing a Sort() on the List<T> after every Add() is killing our performance! Of course, this was a very contrived, duh moment, but you’d be surprised how many performance issues become duh moments. Note that this one line is taking up 86% of the execution time of this application! If we eliminate this bottleneck, we should see drastic improvement in the performance. So to fix this, if we still wanted to maintain the List<T> we’d have many options, including: delay Sort() until after all Add() methods, using a SortedSet, SortedList, or SortedDictionary depending on which is most appropriate, or forgoing the sorting all together and using a Dictionary. Rinse, Repeat! So let’s just change all instances of List<string> to SortedSet<string> and run this again through the profiler: Now we see the AddToList() method is no longer our hot-spot, but now the Max() and Min() calls are! This is good because we’ve eliminated one hot-spot and now we can try to correct this one as well. As before, we can then optimize this part of the code (possibly by taking advantage of the fact the list is now sorted and returning the first and last elements). We can then rinse and repeat this process until we have eliminated as many bottlenecks as possible. Calls by Web Request Another feature that was added recently is the ability to view .NET methods grouped by the HTTP requests that caused them to run. This can be helpful in determining which pages, web services, etc. are causing hot spots in your web applications. Summary If you like the other ANTS tools, you’ll like the ANTS Performance Profiler as well. It is extremely easy to use with very little product knowledge required to get up and running. There are profilers built into the higher product lines of Visual Studio, of course, which are also powerful and easy to use.   • jQuery autocomplete disabled makes autocomplete partially transparent, not disabled

    I'm using the jQuery UI's "autocomplete" function on a search on my site. When you change a radio button from 'area search" to "name search" I want it to disable the autocomplete, and re-enable it when you switch back. However, when you disable the autocomplete it doesn't hide the dropdown, it just dims it to 20% opacity or so. As I have an excel with 20 columns, now want to use AutoFilter function to search in some columns if it contains one value (Ex: ID010). what i want is it'll display all rows that have at least one column contains ID010. Currently, i use the below code to search.   • About lifecycle of activities

    In my application I have several activities, the main screen has 4 buttons that each start a different activity. So one of them is a search activity, once it searches it shows you a result activity. This result activity can be reached from other activities, so in general something like this: Main activity -> Search activity -> Result activity Main acitivty -> someother activity -> Result activity Now, if I have reached this result activity and press back once or twice, and after that press the Home key it will show the Home screen. But if I want to get back to my application by holding the Home button and clicking on my app it will always go back to the Result activity, no matter which activity was the last one I was using. And if I press again back it will take me back to the Home screen. If I try it again it will take me again to the Result activity. The only way to avoid this is to start the application by clicking on the app's icon. And this takes me to the last activity I was using and it remembers the state so if I press back again it doesn't take me to the Home screen, instead to the activity before it. To illustrate this: Main activity -> Search activity -> result activity --back--> Search activity --Home Button--> Home Screen --Hold Home and select the app --> Result activity --back--> Home Screen --Click application icon--> Search activity --back--> Main activity Another thing that happens is that if I press the Home button while on the Result activity, and start the app by clicking the icon, it will take me to the activity prior the the Result one. Why is this happening? Any workarounds?

  • Entity Attribute Value Database vs. strict Relational Model Ecommerce question

    It is safe to say that the EAV/CR database model is bad. That said, Question: What database model, technique, or pattern should be used to deal with "classes" of attributes describing e-commerce products which can be changed at run time? In a good E-commerce database, you will store classes of options (like TV resolution then have a resolution for each TV, but the next product may not be a TV and not have "TV resolution"). How do you store them, search efficiently, and allow your users to setup product types with variable fields describing their products? If the search engine finds that customers typically search for TVs based on console depth, you could add console depth to your fields, then add a single depth for each tv product type at run time. There is a nice common feature among good e-commerce apps where they show a set of products, then have "drill down" side menus where you can see "TV Resolution" as a header, and the top five most common TV Resolutions for the found set. You click one and it only shows TVs of that resolution, allowing you to further drill down by selecting other categories on the side menu. These options would be the dynamic product attributes added at run time. Further discussion: So long story short, are there any links out on the Internet or model descriptions that could "academically" fix the following setup? I thank Noel Kennedy for suggesting a category table, but the need may be greater than that. I describe it a different way below, trying to highlight the significance. I may need a viewpoint correction to solve the problem, or I may need to go deeper in to the EAV/CR. Love the positive response to the EAV/CR model. My fellow developers all say what Jeffrey Kemp touched on below: "new entities must be modeled and designed by a professional" (taken out of context, read his response below). The problem is: entities add and remove attributes weekly (search keywords dictate future attributes) new entities arrive weekly (products are assembled from parts) old entities go away weekly (archived, less popular, seasonal) The customer wants to add attributes to the products for two reasons: department / keyword search / comparison chart between like products consumer product configuration before checkout The attributes must have significance, not just a keyword search. If they want to compare all cakes that have a "whipped cream frosting", they can click cakes, click birthday theme, click whipped cream frosting, then check all cakes that are interesting knowing they all have whipped cream frosting. This is not specific to cakes, just an example.

    Hi, I am using the liveTwitter plugin The problem is that I need to stop the plugin from hitting the Twitter api. Anyway, I get an undefined error.   • DDD: Aggregate Roots

    Hello, I need help with finding my aggregate root and boundary. I have 3 Entities: Plan, PlannedRole and PlannedTraining. Each Plan can include many PlannedRoles and PlannedTrainings. Solution 1: At first I thought Plan is the aggregate root because PlannedRole and PlannedTraining do not make sense out of the context of a Plan. They are always within a plan. Also, we have a business rule that says each Plan can have a maximum of 3 PlannedRoles and 5 PlannedTrainings. So I thought by nominating the Plan as the aggregate root, I can enforce this invariant. However, we have a Search page where the user searches for Plans. The results shows a few properties of the Plan itself (and none of its PlannedRoles or PlannedTrainings). I thought if I have to load the entire aggregate, it would have a lot of overhead. There are nearly 3000 plans and each may have a few children. Loading all these objects together and then ignoring PlannedRoles and PlannedTrainings in the search page doesn't make sense to me. Solution 2: I just realized the user wants 2 more search pages where they can search for Planned Roles or Planned Trainings. That made me realize they are trying to access these objects independently and "out of" the context of Plan. So I thought I was wrong about my initial design and that is how I came up with this solution. So, I thought to have 3 aggregates here, 1 for each Entity. This approach enables me to search for each Entity independently and also resolves the performance issue in solution 1. However, using this approach I cannot enforce the invariant I mentioned earlier. There is also another invariant that states a Plan can be changed only if it is of a certain status. So, I shouldn't be able to add any PlannedRoles or PlannedTrainings to a Plan that is not in that status. Again, I can't enforce this invariant with the second approach. I have done this, but no matter what I do the images will not show up; only the alternate text. It makes no sense because the paths are correct.     I've setup up a Security Realm in Glassfish to authenticate against an Active Directory server. The configuration of the realm is as follows: Class Name: com.sun.enterprise.security.auth.realm.ldap.LDAPRealm JAAS context: ldapRealm Directory: ldap://172.16.76.10:389/ Base DN: dc=smallbusiness,dc=local search-filter: (&(objectClass=user)(sAMAccountName=%s)) group-search-filter: (&(objectClass=group)(member=%d)) search-bind-dn: cN=Administrator,CN=Users,dc=smallbusiness,dc=local search-bind-password: abcd1234! The realm is functional and I can log-in, but when ever I log in I get the following error in the log: SEC1106: Error during LDAP search with filter [(&(objectClass=group)(member=CN=Administrator,CN=Users,dc=smallbusiness,dc=local))]. SEC1000: Caught exception. javax.naming.PartialResultException: Unprocessed Continuation Reference(s); remaining name 'dc=smallbusiness,dc=local' at com.sun.jndi.ldap.LdapCtx.processReturnCode(LdapCtx.java:2820) .... .... ldaplm.searcherror While searching for a solution I found that it was recommended to add java.naming.referral=follow to the properties of the realm. However, after I add this it takes 20 minutes for GlassFish to authenticate against Active Directory. I suspect it is a DNS problem on the Active Directory server. The Active Directory server is a vanilla Windows Server 2003 setup in a Virtual Machine. Any help/recommendation is highly appreciated!

  • Firefox logs invalid URL?

    I'm writing an extension for firefox. Using dom.location to keep track of visited search results pages, i'm getting this url http://www.google.com/search?hl=en&source=hp&q=hi&aq=f&aqi=&oq=&fp=642c18fb4411ca2e . If you click it, the google search results for "hi" should come up. You'll know that from the title bar - because the rest of the page won't load. This happens with any google search. Oddly enough, if you cut part of it off, so say, http://www.google.com/search?hl=en&source=hp&q=hi - it works! But Googling "hi" myself does give me a longish URL - http://www.google.com/#hl=en&source=hp&q=hi&aq=f&aqi=&oq=&fp=db658cc5049dc510 . I know for a fact that the first time that URL was visited, the page loaded, I did it myself. Can anyone make reason out of this? I just tried my experiment again, this time saving the original URL in the location bar. It turns out, dom.location.href is giving a different value. How is this happening?
