  • Google Apps for Domains, Multiple Domains

    I have a primary google apps for domains account which I use for my personal email, calender, docs etc and is great. I also receive my pop3 company email via settings-Get mail from other accounts in my account. Due to spam I want to make use of gmail servers for my company email and have two options: [1] Add my second domain as a domain alias [2] Create a new apps for domains account If I do [1] above do I access (send and receive) my company email as if it was a separate account or is it merged into my primary domain. I want the two seperated. If I perform [2] can I share my contacts / calender between the two? I also have Act! contact manager which syncs to my primary domain and it is getting messy now with personal and work contacts being changed / sync'd to my Act CM software. I want to try and separate my personal and work contacts (but make the work them avaiable in my primary domain). Hope this makes sense! Your suggestions are gratefully accepted. Thank you

  • Export Outlook Express XP into Outlook 2007 Windows 7

    I've searched the forum and it seems my need is a little different than the posts which have already been made. I have an old XP laptop which I was using Outlook Express for one of my mail accounts (a work account). I also ran regular Outlook for another (personal). I want to have both of these accounts on my new PC. My new PC is running Windows 7 wiht Office 2007. I used the Windows transfer cable and things worked failry well. My regular Outlook files all came over well, but nothing for Outlook Express. I really would like to take this time to somehow export my OE files into my Outlook 2007. I would really like to keep the account which imported in on Outlook seperate. Question 1: Is there a way to import my OE files into Outlook 2007? Question 2: Is there a way to have two seperate email accounts in Outlook without combining them? Basically I want to have a work email and a personal and keep them seperate. If I can't have two seperate emails with Outlook, can anyone suggest something which would allow me to export my old Outlook (the old personal emails) into another program so that I can at least use my work email on Outlook 2007? Hopefully this isn't too confusing.

  • I get "An error occurred while Windows was synchronizing with [name of time server]." when trying t

    Prompted by the answers to this question I decided to give the Windows built in time synchronisation another go. However, no matter what time server I use I get this error: "An error occurred while Windows was synchronizing with [name of time server]." The help suggests the following as reasons for failure: You are not connected to the Internet. Establish an Internet connection before you attempt to synchronize your clock. Your personal or network firewall prevents clock synchronization. Most corporate and organizational firewalls will block time synchronization, as do some personal firewalls. Home users should read the firewall documentation for information about unblocking network time protocol (NTP). You should be able to synchronize your clock if you switch to Windows Firewall. The Internet time server is too busy or is temporarily unavailable. If this is the case, try synchronizing your clock later, or update it manually by double-clicking the clock on the taskbar. You can also try using a different time server. The time shown on your computer is too different from the current time on the Internet time server. Internet time servers might not synchronize your clock if your computer's time is off by more than 15 hours. To synchronize the time properly, ensure that the date and time settings are set close to your current time in the Date and Time Properties in Control Panel. Now the first reason is clearly wrong - I am connected to the internet. I can see the 2nd being the most likely cause. I have Sygate Personal Firewall running, but it normally asks if something it trying to connect for the first time. Does anyone know I can unblock the NTP protocol - or at least check if it is blocked?. I don't think it's #3 or #4 as I've tried a number of different servers including the one currently used by Atomic Clock Sync. Though if someone knows the address of a UK time server I can double check this.

  • Gmail won't forward mail sent to myself.

    I own a dedicated server with a domain, we'll say foobar.com. I use google apps to manage my email SMTP servers. Now I don't check two gmail inboxes. I have my own personal one, and then I have foobar.com's inbox from google apps. Naturally the easiest thing to do is just have all foobar's emails forwarded to my personal one. So then I am only checking 1 inbox. This is all fine and dandy. I use MSMTP that with a wrapper that uses /etc/aliases. I have it set so any mail attempting to go to root (Things from cron, etc) will go to [email protected]. So when google app's (foobar.com) gets an email from the email I have setup with it ([email protected]), it automatically doesn't forward the message. This is a "feature" to gmail/google apps I suppose. How do I get around it? workarounds? etc. I could just have my alias set to my personal email but I wanted a place to have all foobar related emails archived in one place (googleapps).

  • What is the quickest and safest way to test new software and revert all changes, if needed?

    I'm looking for Windows software that will allow me to quickly create a "checkpoint", do whatever I might need to do to my computer - install programs/drivers/updates, create/delete personal files, reboot the system multiple times, open questionable attachments - and then revert the entire system back to when the checkpoint was created. Essentially I want Windows Restore Points that save my personal files and partitions, too. It sounds like disk imaging might be the ticket, but creating them is much too slow and the restore process too involved... I'm hoping to sacrifice full disaster recovery for speed. Creating a checkpoint should be as close to one-click as possible, and rolling back should be a matter of selecting a restore point and rebooting. Ding! I'm familiar with Sandboxie, True Image Home "Try and Decide", Returnil, and a number of other "virtual system" apps that actively "catch" changes and allow you to commit or reject them. I'm not interested in these for a number of reasons - I prefer the "cut and dry" restore point approach. Finally, I'll note that I've just recently become aware of Comodo Time Machine. It sounds absolutely perfect, however, a quick skim through the user forums show more than a few horror stories of corrupted, unbootable systems. Any positive personal experience with the software to suppress my superstitions, or suggestions for more established alternatives would be greatly appreciated - Comodo Time Machine seems relatively new.   • VPS to replace MobileMe or Google Apps.

    All, Yes, this has been touched on in other questions, but I can't find something similar enough. I currently have Google Apps hosting personal email, calendars, contacts, etc. I do like the other google services, but they're outside of Apps. One of the little google irritations that I have to maintain a separate account for Picassa, etc. So, I'm thinking about moving myself away from Google, but purely for personal, privacy type issues. Do I really like the ads, the email snooping, etc? I've had, and liked MobileMe, back when it was iTools, and then .Mac, but it doesn't offer that much really. How easily can I replicate it all on a VPS? I don't want to host it myself at home, I'd lose all the wonderful datacenter goodness. THis isn't about personal geekery in my own basement, just about taking a little control back from Google. So, email is fine running an IMAP server, a nice front-end, etc. What about Calendars and Contacts? And, how easily can it be setup to sync to the desktop and iPhone? Thanks.

  • Did Windows 7 Startup Repair trash My Documents?

    Earlier today, I rebooted my computer. Partway through the boot process, it shut down suddenly. When I tried again, I was prompted to run Startup Repair, and I did. Afterwards, my computer booted normally and everything seemed to be in order. Then I noticed that my My Documents folder contains a mix of old and new files. On closer inspection, it appears that Windows has reverted my system to a previous state. Two things puzzle me: 1) According to Microsoft, "System Restore does not affect personal files, such as e-mail, documents, or photos [...]", yet many of my personal files have been affected. 2) Why were some things reverted, but not others? I had recently reorganized a bunch of files in My Documents. The reverted directory structure seems to be a hybrid of old a new, with a lot of new stuff missing. It's hard to say for sure, but it looks like the stuff that's missing would have been in conflict (two folders with the same name, for example), and Windows favored the old stuff. Is this normal behavior for Startup Repair/System Restore? To modify personal files, I mean? Is there a pattern to the mess it's made of My Documents?

  • ACORD LOMA Session Highlights Policy Administration Trends

    Helen Pitts, senior product marketing manager for Oracle Insurance, attended and is blogging from the ACORD LOMA Insurance Forum this week. Above: Paul Vancheri, Chief Information Officer, Fidelity Investments Life Insurance Company. Vancheri gave a presentation during the ACORD LOMA Insurance Systems Forum about the key elements of modern policy administration systems and how insurers can mitigate risk during legacy system migrations to safely introduce new technologies. When I had a few particularly challenging honors courses in college my father, a long-time technology industry veteran, used to say, "If you don't know how to do something go ask the experts. Find someone who has been there and done that, don't be afraid to ask the tough questions, and apply and build upon what you learn." (Actually he still offers this same advice today.) That's probably why my favorite sessions at industry events, like the ACORD LOMA Insurance Forum this week, are those that include insight on industry trends and case studies from carriers who share their experiences and offer best practices based upon their own lessons learned. I had the opportunity to attend a particularly insightful session Wednesday as Craig Weber, senior vice president of Celent's Insurance practice, and Paul Vancheri, CIO of Fidelity Life Investments, presented, "Managing the Dynamic Insurance Landscape: Enabling Growth and Profitability with a Modern Policy Administration System." Policy Administration Trends Growing the business is the top issue when it comes to IT among both life and annuity and property and casualty carriers according to Weber. To drive growth and capture market share from competitors, carriers are looking to modernize their core insurance systems, with 65 percent of those CIOs participating in recent Celent research citing plans to replace their policy administration systems. Weber noted that there has been continued focus and investment, particularly in the last three years, by software and technology vendors to offer modern, rules-based, configurable policy administration solutions. He added that these solutions are continuing to evolve with the ongoing aim of helping carriers rapidly meet shifting business needs--whether it is to launch new products to market faster than the competition, adapt existing products to meet shifting consumer and /or regulatory demands, or to exit unprofitable markets. He closed by noting the top four trends for policy administration either in the process of being adopted today or on the not-so-distant horizon for the future: Underwriting and service desktops New business automation Convergence of ultra-configurable and domain content-rich systems Better usability and screen design Mitigating the Risk When Making the Decision to Modernize Third-party analyst research from advisory firms like Celent was a key part of the due diligence process for Fidelity as it sought a replacement for its legacy policy administration system back in 2005, according to Vancheri. The company's business opportunities were outrunning system capability. Its legacy system had not been upgraded in several years and was deficient from a functionality and currency standpoint. This was constraining the carrier's ability to rapidly configure and bring new and complex products to market. The company sought a new, modern policy administration system, one that would enable it to keep pace with rapid and often unexpected industry changes and ahead of the competition. A cross-functional team that included representatives from finance, actuarial, operations, client services and IT conducted an extensive selection process. This process included deep documentation review, pilot evaluations, demonstrations of required functionality and complex problem-solving, infrastructure integration capability, and the ability to meet the company's desired cost model. The company ultimately selected an adaptive policy administration system that met its requirements to: Deliver ease of use - eliminating paper and rework, while easing the burden on representatives to sell and service annuities Provide customer parity - offering Web-based capabilities in alignment with the company's focus on delivering a consistent customer experience across its business Deliver scalability, efficiency - enabling automation, while simplifying and standardizing systems across its technology stack Offer desired functionality - supporting Fidelity's product configuration / rules management philosophy, focus on customer service and technology upgrade requirements Meet cost requirements - including implementation, professional services and licenses fees and ongoing maintenance Deliver upon business requirements - enabling the ability to drive time to market for new products and flexibility to make changes Best Practices for Addressing Implementation Challenges Based upon lessons learned during the company's implementation, Vancheri advised carriers to evaluate staffing capabilities and cultural impacts, review business requirements to avoid rebuilding legacy processes, factor in dependent systems, and review policies and practices to secure customer data. His formula for success: upfront planning + clear requirements = precision execution. Achieving a Return on Investment Vancheri said the decision to replace their legacy policy administration system and deploy a modern, rules-based system--before the economic downturn occurred--has been integral in helping the company adapt to shifting market conditions, while enabling growth in its direct channel sales of variable annuities. Since deploying its new policy admin system, the company has reduced its average time to market for new products from 12-15 months to 4.5 months. The company has since migrated its other products to the new system and retired its legacy system, significantly decreasing its overall product development cycle. From a processing standpoint Vancheri noted the company has achieved gains in automation, information, and ease of use, resulting in improved real-time data edits, controls for better quality, and tax handling capability. Plus, with by having only one platform to manage, the company has simplified its IT environment and is well positioned to deliver system enhancements for greater efficiencies. Commitment to Continuing the Investment In the short and longer term future Vancheri said the company plans to enhance business functionality to support money movement, wire automation, divorce processing on payout contracts and cost-based tracking improvements. It also plans to continue system upgrades to remain current as well as focus on further reducing cycle time, driving down maintenance costs, and integrating with other products.   • EU Digital Agenda scores 85/100

    If the Digital Agenda was a bottle of wine and I were wine critic Robert Parker, I would say the Digital Agenda has "a great bouquet, many good elements, with astringent, dry and puckering mouth feel that will not please everyone, but still displaying some finesse. A somewhat controlled effort with no surprises and a few noticeable flaws in the delivery. Noticeably shorter aftertaste than advertised by the producers. Score: 85/100. Enjoy now". The EU Digital Agenda states that "standards are vital for interoperability" and has a whole chapter on interoperability and standards. With this strong emphasis, there is hope the EU's outdated standardization system finally is headed for reform. It has been 23 years since the legal framework of standardisation was completed by Council Decision 87/95/EEC8 in the Information and Communications Technology (ICT) sector. Standardization is market driven. For several decades the IT industry has been developing standards and specifications in global open standards development organisations (fora/consortia), many of which have transparency procedures and practices far superior to the European Standards Organizations. The Digital Agenda rightly states: "reflecting the rise and growing importance of ICT standards developed by certain global fora and consortia". Some fora/consortia, of course, are distorted, influenced by single vendors, have poor track record, and need constant vigilance, but they are the minority. Therefore, the recognition needs to be accompanied by eligibility criteria focused on openness. Will the EU reform its ICT standardization by the end of 2010? Possibly, and only if DG Enterprise takes on board that Information and Communications Technologies (ICTs) have driven half of the productivity growth in Europe over the past 15 years, a prominent fact in the EU's excellent Digital Competitiveness report 2010 published on Monday 17 May. It is ok to single out the ICT sector. It simply is the most important sector right now as it fuels growth in all other sectors. Let's not wait for the entire standardization package which may take another few years. Europe does not have time. The Digital Agenda is an umbrella strategy with deliveries from a host of actors across the Commission. For instance, the EU promises to issue "guidance on transparent ex-ante disclosure rules for essential intellectual property rights and licensing terms and conditions in the context of standard setting", by 2011 in the Horisontal Guidelines now out for public consultation by DG COMP and to some extent by DG ENTR's standardization policy reform. This is important. The EU will issue procurement guidance as interoperability frameworks are put into practice. This is a joint responsibility of several DGs, and is likely to suffer coordination problems, controversy and delays. We have seen plenty of the latter already and I have commented on the Commission's own interoperability elsewhere, with mixed luck. :( Yesterday, I watched the cartoonesque Korean western film The Good, the Bad and the Weird. In the movie (and I meant in the movie only), a bandit, a thief, and a bounty hunter, all excellent at whatever they do, fight for a treasure map. Whether that is a good analogy for the situation within the Commission, others are better judges of than I. However, as a movie fanatic, I still await the final shoot-out, and, as in the film, the only certainty is that "life is about chasing and being chased". The missed opportunity (in this case not following up the push from Member States to better define open standards based interoperability) is a casualty of the chaos ensued in the European Wild West (and I mean that in the most endearing sense, and my excuses beforehand to actors who possibly justifiably cannot bear being compared to fictional movie characters). Instead of exposing the ongoing fight, the EU opted for the legalistic use of the term "standards" throughout the document. This is a term that--to the EU-- excludes most standards used by the IT industry world wide. So, while it, for a moment, meant "weapon down", it will not lead to lasting peace. The Digital Agenda calls for the Member States to "Implement commitments on interoperability and standards in the Malmö and Granada Declarations by 2013". This is a far cry from the actual Ministerial Declarations which called upon the Commission to help them with this implementation by recognizing and further defining open standards based interoperability. Unless there is more forthcoming from the Commission, the market's judgement will be: you simply fall short. Generally, I think the EU focus now should be "from policy to practice" and the Digital Agenda does indeed stop short of tackling some highly practical issues. There is need for progress beyond the Digital Agenda. Here are some suggestions that would help Europe re-take global leadership on openness, public sector reform, and economic growth: A strong European software strategy centred around open standards based interoperability by 2011. An ambitious new eCommission strategy for 2011-15 focused on migration to open standards by 2015. Aligning the IT portfolio across the Commission into one Digital Agenda DG by 2012. Focusing all best practice exchange in eGovernment on one social networking site, epractice.eu (full disclosure: I had a role in getting that site up and running) Prioritizing public sector needs in global standardization over European standardization by 2014.

  • Can Kind People Finish First?

This month's Oracle Profit magazine features an interview with KIND Healthy Snacks Founder and CEO Daniel Lubetzky entitled "Better Business". Lubetzky expresses his vision for making KIND a "not for profit only" company.  All great companies start with a good idea. In this case, that one great idea was to offer a healthy snack with ingredients you can "see and pronounce". That's one of things I really like about this company--that coupled with the fact that their snacks taste great. Not coincidentally, I think, KIND is indeed a story about how nice guys can finish first. KIND has doubled in size every year for the last ten  years and now employees over 300 people, with sales exceeding $120M annually. Growth Applies Pressures One thing I know for certain from interacting our with fast growing customers over the last fifteen years is that growth applies myriad pressures across the organization--resources, processes, technology systems, and leadership agility. And it's easy to forget that Oracle was once an entrepreneurial startup and experienced all those same pressures that other growing companies are experiencing today. When asked by Profit Editor in Chief Aaron Lazenby, " What sort of pressure does KIND"s growth and success place on operations?", Lubetzky responded, "We have a demand planning process right now that is manual to a significant extent, and it just takes so much management time. It takes us days and sometimes weeks to produce information that is critical to our business—and by the time we get the results, we need revised data. Our sales leadership could go out selling, but instead they’re talking to our team about forecasts." Hitching Your Wagon to Oracle Lubetzky and his team selected Oracle for what I believe is our company's greatest strength: hitch your wagon to Oracle and you can trust that we will be there for the long run with the solutions you need and financial staying power. In Lubetzky's words, "The KIND philosophy requires you to have a long-term view of things; taking shortcuts may be the fastest way to get things done, but in the long term that can come back and bite you. Oracle is the type of company—and has the kind of platform—that is here for the long term. It’s not going to go away tomorrow.   • Hybrid IT or Cloud Initiative – a Perfect Enterprise Architecture Maturation Opportunity

By this, I mean the EA activities - whether targeted towards compliance, risk mitigation or value opportunity propositions – may not be attached to measurable, active, visible projects that could advance and prove the value of EA. EA doesn’t work by itself, in a vacuum, without collaborative engagement and a means of proving usefulness. A critical vehicle to this proof is successful orchestration and use of assets and investment resources to meet a high-profile business objective – i.e. a successful project. More and more organizations are now exploring and considering some degree of IT outsourcing, buying and using external services and solutions to deliver their IT and business requirements – vs. building and operating in-house, in their own data centers. The rapid growth and success of “Cloud” services makes some decisions easier and some IT projects more successful, while dramatically lowering IT risks and enabling rapid growth. This is particularly true for “Software as a Service” (SaaS) applications, which essentially are complete web applications hosted and delivered over the Internet. Whether SaaS solutions – or any kind of cloud solution - are actually, ultimately the most cost-effective approach truly depends on the organization’s business and IT investment strategy. This leads us to Enterprise Architecture, the connectivity between business strategy and investment objectives, and the capabilities purchased or created to meet them. If an EA framework already exists, the approach to selecting a cloud-based solution and integrating it with internal IT systems (i.e. a “Hybrid IT” solution) is well-served by leveraging EA methods. If an EA framework doesn’t exist, or is simply not mature enough to address complex, integrated IT objectives – a hybrid IT/cloud initiative is the perfect project to advance and prove the value of EA. Why is this? For starters, the success of any complex IT integration project - spanning multiple systems, contracts and organizations, public and private – depends on active collaboration and coordination among the project stakeholders. For a hybrid IT initiative, inclusive of one or more cloud services providers, the IT services, business workflow and data governance challenges alone can be extremely complex, requiring many diverse layers of organizational expertise and authority. Establishing subject matter expertise, authorities and strategic guidance across all the disciplines involved in a hybrid-IT or hybrid-cloud system requires top-level, comprehensive experience and collaborative leadership. Tools and practices reflecting industry expertise and EA alignment can also be very helpful – such as Oracle’s “Cloud Candidate Selection Tool”. Using tools like this, and facilitating this critical collaboration by leading, organizing and coordinating the input and expertise into a shared, referenceable, reusable set of authority models and practices – this is where EA shines, and where Enterprise Architects can be most valuable. The “enterprise”, in this case, becomes something greater than the core organization – it includes internal systems, public cloud services, 3rd-party IT platforms and datacenters, distributed users and devices; a whole greater than the sum of its parts. Through facilitated project collaboration, leading to identification or creation of solid governance models and processes, a durable and useful Enterprise Architecture framework will usually emerge by itself, if not actually identified and managed as such. The transition from planning collaboration to actual coordination, where the program plan, schedule and resources become synchronized and aligned to other investments in the organization portfolio, is where EA methods and artifacts appear and become most useful. The actual scope and use of these artifacts, in the context of this project, can then set the stage for the most desirable, helpful and pragmatic form of the now-maturing EA framework and community of practice.   • Is Social Media The Vital Skill You Aren’t Tracking?

While on the one hand, we read about social media embarrassments happening to organizations, on the other we see that social media activities by workers and candidates can enhance a company’s brand and provide insight into what individuals are, or can become, influencers in the social media sphere. HR can play a key role in helping organizations make the most value out of the activities and presence of workers and candidates, while at the same time also helping to manage the risks that come with the permanence and viral nature of social media. What is Missing from Understanding Our Workforce? “If only HP knew what HP knows, we would be three-times more productive.”  Lew Platt, Former Chairman, President, CEO, Hewlett-Packard  What Lew Platt recognized was that organizations only have a partial understanding of what their workforce is capable of. This lack of understanding impacts the company in several negative ways: 1. A particular skill that the company needs to access in one part of the organization might exist somewhere else, but there is no record that the skill exists, so the need is unfulfilled. 2. As market conditions change rapidly, the company needs to know strategic options, but some options are missed entirely because the company doesn’t know that sufficient capability already exists to enable those options. 3. Employees may miss out on opportunities to demonstrate how their hidden skills could create new value to the company. Why don’t companies have that more complete picture of their workforce capabilities – that is, not know what they know? One very good explanation is that companies put most of their efforts into rating their workforce according to the jobs and roles they are filling today. This is the essence of two important talent management processes: recruiting and performance appraisals.  In recruiting, a set of requirements is put together for a job, either explicitly or indirectly through a job description. During the recruiting process, much of the attention is paid towards whether the candidate has the qualifications, the skills, the experience and the cultural fit to be successful in the role. This makes a lot of sense.  In the performance appraisal process, an employee is measured on how well they performed the functions of their role and in an effort to help the employee do even better next time, they are also measured on proficiency in the competencies that are deemed to be key in doing that job. Again, the logic is impeccable.  But in both these cases, two adages come to mind: 1. What gets measured is what gets managed. 2. You only see what you are looking for. In other words, the fact that the current roles the workforce are performing are the basis for measuring which capabilities the workforce has, makes them the only capabilities to be measured. What was initially meant to be a positive, i.e. identify what is needed to perform well and measure it, in order that it can be managed, comes with the unintended negative consequence of overshadowing the other capabilities the workforce has. This also comes with an employee engagement price, for the measurements and management of workforce capabilities is to typically focus on where the workforce comes up short. Again, it makes sense to do this, since improving a capability that appears to result in improved performance benefits, both the individual through improved performance ratings and the company through improved productivity. But this is based on the assumption that the capabilities identified and their required proficiencies are the only attributes of the individual that matter. Anything else the individual brings that results in high performance, while resulting in a desired performance outcome, often goes unrecognized or underappreciated at best. As social media begins to occupy a more important part in current and future roles in organizations, businesses must incorporate social media savvy and innovation into job descriptions and expectations. These new measures could provide insight into how well someone can use social media tools to influence communities and decision makers; keep abreast of trends in fast-moving industries; present a positive brand image for the organization around thought leadership, customer focus, social responsibility; and coordinate and collaborate with partners. These measures should demonstrate the “social capital” the individual has invested in and developed over time. Without this dimension, “short cut” methods may generate a narrow set of positive metrics that do not have real, long-lasting benefits to the organization. How Workforce Reputation Management Helps HR Harness Social Media With hundreds of petabytes of social media data flowing across Facebook, LinkedIn and Twitter, businesses are tapping technology solutions to effectively leverage social for HR. Workforce reputation management technology helps organizations discover, mobilize and retain talent by providing insight into the social reputation and influence of the workforce while also helping organizations monitor employee social media policy compliance and mitigate social media risk.  There are three major ways that workforce reputation management technology can play a strategic role to support HR: 1. Improve Awareness and Decisions on Talent Many organizations measure the skills and competencies that they know they need today, but are unaware of what other skills and competencies their workforce has that could be essential tomorrow. How about whether your workforce has the reputation and influence to make their skills and competencies more effective? Many organizations don’t have insight into the social media “reach” their workforce has, which is becoming more critical to business performance. These features help organizations, managers, and employees improve many talent processes and decision making, including the following: Hiring and Assignments. People and teams with higher reputations are considered more valuable and effective workers. Someone with high reputation who refers a candidate also can have high credibility as a source for hires.   Training and Development. Reputation trend analysis can impact program decisions regarding training offerings by showing how reputation and influence across the workforce changes in concert with training. Worker reputation impacts development plans and goal choices by helping the individual see which development efforts result in improved reputation and influence.   Finding Hidden Talent. Managers can discover hidden talent and skills amongst employees based on a combination of social profile information and social media reputation. Employees can improve their personal brand and accelerate their career development.  2. Talent Search and Discovery The right technology helps organizations find information on people that might otherwise be hidden. By leveraging access to candidate and worker social profiles as well as their social relationships, workforce reputation management provides companies with a more complete picture of what their knowledge, skills, and attributes are and what they can in turn access. This more complete information helps to find the right talent both outside the organization as well as the right, perhaps previously hidden talent, within the organization to fill roles and staff projects, particularly those roles and projects that are required in reaction to fast-changing opportunities and circumstances. 3. Reputation Brings Credibility Workforce reputation management technology provides a clearer picture of how candidates and workers are viewed by their peers and communities across a wide range of social reputation and influence metrics. This information is less subject to individual bias and can impact critical decision-making. Knowing the individual’s reputation and influence enables the organization to predict how well their capabilities and behaviors will have a positive effect on desired business outcomes. Many roles that have the highest impact on overall business performance are dependent on the individual’s influence and reputation. In addition, reputation and influence measures offer a very tangible source of feedback for workers, providing them with insight that helps them develop themselves and their careers and see the effectiveness of those efforts by tracking changes over time in their reputation and influence. The following are some examples of the different reputation and influence measures of the workforce that Workforce Reputation Management could gather and analyze: Generosity – How often the user reposts other’s posts. Influence – How often the user’s material is reposted by others.  Engagement – The ratio of recent posts with references (e.g. links to other posts) to the total number of posts.  Activity – How frequently the user posts. While much of social media activity is publicly accessible (as many who wished otherwise have learned to their chagrin), the social norms of social media have developed to put some restrictions on what is acceptable behavior and by whom. Disregarding these norms risks a repercussion firestorm. One of the more recognized norms is that while individuals can follow and engage with other individual’s public social activity (e.g. Twitter updates) fairly freely, the more an organization does this unprompted and without getting permission from the individual beforehand, the more likely the organization risks a totally opposite outcome from the one desired. Instead, the organization must look for permission from the individual, which can be met with resistance. That resistance comes from not knowing how the information will be used, how it will be shared with others, and not receiving enough benefit in return for granting permission. As the quote above about patient concerns and rights succinctly states, no one likes not feeling in control of the information about themselves, or the uncertainty about where it will be used. This is well understood in consumer social media (i.e. permission-based marketing) and is applicable to workforce reputation management. However, asking permission leaves open the very real possibility that no one, or so few, will grant permission, resulting in a small set of data with little usefulness for the company. Connecting Individual Motivation to Organization Needs So what is it that makes an individual decide to grant an organization access to the data it wants? It is when the individual’s own motivations are in alignment with the organization’s objectives. In the case of workforce reputation management, when the individual is motivated by a desire for increased visibility and career growth opportunities to advertise their skills and level of influence and reputation, they are aligned with the organizations’ objectives; to fill resource needs or strategically build better awareness of what skills are present in the workforce, as well as levels of influence and reputation.     It is always pleasure for any author when other renowned authors in the industry write about you. Earlier I wrote a five part blog series on Developer Training and I have received a phenomenal response to the series. I have received plenty of comments, questions and feedback. I thought it would be nice to sum up the whole series as well answer a few of the questions received. Quick Recap Developer Training - Importance and Significance - Part 1 In this part we discussed the importance of training in the real world. The most important and valuable resource any company is its employee. Employees who have been well-trained will be better at their jobs and produce a better product.  An employee who is well trained obviously knows more about their job and all the technical aspects. I have a very high opinion about training employees and it is the most important task. Developer Training – Employee Morals and Ethics – Part 2 In this part we discussed the most crucial components of training. Often employees are expecting the company to pay for their training and the company expresses no interest in training the employee. Quite often training expenses are the real issue for both the employee and employer. There are companies that pay for 100% of the expenses and there are employees who opt for training on their own expense during their personal time. Training is often looked at as vacation by employee and employers and we need to change this mind-set. One of the ways is to report back the learning to your manager and implement newly learned knowledge in day-to-day work. Developer Training – Difficult Questions and Alternative Perspective - Part 3 This part was the most difficult to write as I tried to address a few difficult questions and answers. Training is such a sensitive issue that many developers when not receiving chance for training think about leaving the organization. The manager often feels pressure to accommodate every single employee for training even though his training budget is limited. It is indeed the responsibility of the developer to get maximum advantage from the training. Training immediately helps organizations but stays as a part of an employee’s knowledge forever. Developer Training – Various Options for Developer Training – Part 4 In this part I tried to explore a few methods and options for training. The generic feedback I received on this blog post was short and I should have explored each of the subject of the training in details. I believe there are two big buckets of training 1) Instructor Lead Training and 2) Self Lead Training. The common element between both the methods is “learning material”. Learning material can be of any format – videos, books, paper notes or just a plain black board. Instructor-led training is a very effective mode but not possible every single time. During the course of the developer’s career, one has to learn lots of new technology and it is almost impossible to have a quality trainer available on that subject at that time. Books are most effective and proven methods, however, it always helps if someone explains the concepts of the book with a demonstration. In recent times I have started to believe in online trainings which leads to a hybrid experience. Online trainings take the best part of the books and the best part of the instructor-led training and gives effective training in a matter of hours. Developer Training – A Conclusive Summary- Part 5 In this part, I shared what I was continuously thinking about developer training. There is no better teacher than oneself. There is no better motivation than a personal desire to learn new technology. Honestly there is nothing more personal learning. That “change is the only constant” and “adapt & overcome” are the essential lessons of life. One cannot stop the learning and resist the change. In the IT industry “ego of knowing all” and the “resistance to change” are the most challenging issues. Once someone overcomes them, life is much easier. I believe that proper and appropriate high quality training can help to address the burning issues. I am personally very impressed by his following statement - “Being skilled does not mean having just a stack of certifications, but it also means having an understanding about the internals of the products that you are working on – and using that knowledge to improve the efficiency & productivity at the workplace in turn resulting in better products, better consulting abilities and a happier self.” Nakul also suggests the online training options of Pluralsight. Vinod Kumar - Training–a necessity or bonus Vinod Kumar comes up with excellent follow up on developer training. Vinod is known for his inspirational writing about SQL Server. Vinod starts with a story of a student who is extremely eager to learn the wisdom of life from a monk but the monk does not accept him as a disciple for a long time. The conversation between student and monk is indeed an essence of all learning. We all want to learn quickly and be successful but the most important thing in life is to have the right attitude towards learning and more so towards life. The blog post end with a very important thought about how to avoid the famous excuse – “I don’t have enough time.” Ritesh Shah - Training – useful or useless? Ritesh brings up very important concept related to training. Ritesh in his meticulous style explains why training is an important and lifelong process. Training must not stop at any age but should continue forever. The moment training stops, progress stops along with. Paras Doshi - Professional Development Resource Paras is known for his to–the-point writing, and has summarized the five part series very precisely.   • General Policies and Procedures for Maintaining the Value of Data Assets

    Here is a general list for policies and procedures regarding maintaining the value of data assets. Data Backup Policies and Procedures Backups are very important when dealing with data because there is always the chance of losing data due to faulty hardware or a user activity. So the need for a strategic backup system should be mandatory for all companies. This being said, in the real world some companies that I have worked for do not really have a good data backup plan. Typically when companies tend to take this kind of approach in data backups usually the data is not really recoverable.  Unfortunately when companies do not regularly test their backup plans they get a false sense of security because they think that they are covered. However, I can tell you from personal and professional experience that a backup plan/system is never fully implemented until it is regularly tested prior to the time when it actually needs to be used. Disaster Recovery Plan Expanding on Backup Policies and Procedures, a company needs to also have a disaster recovery plan in order to protect its data in case of a catastrophic disaster.  Disaster recovery plans typically encompass how to restore all of a company’s data and infrastructure back to a restored operational status.  Most Disaster recovery plans also include time estimates on how long each step of the disaster recovery plan should take to be executed.  It is important to note that disaster recovery plans are never fully implemented until they have been tested just like backup plans. Disaster recovery plans should be tested regularly so that the business can be confident in not losing any or minimal data due to a catastrophic disaster. Firewall Policies and Content Filters One way companies can protect their data is by using a firewall to separate their internal network from the outside. Firewalls allow for enabling or disabling network access as data passes through it by applying various defined restrictions. Furthermore firewalls can also be used to prevent access from the internal network to the outside by these same factors. Common Firewall Restrictions Destination/Sender IP Address Destination/Sender Host Names Domain Names Network Ports Companies can also desire to restrict what their network user’s view on the internet through things like content filters. Content filters allow a company to track what webpages a person has accessed and can also restrict user’s access based on established rules set up in the content filter. This device and/or software can block access to domains or specific URLs based on a few factors. Common Content Filter Criteria Known malicious sites Specific Page Content Page Content Theme  Anti-Virus/Mal-ware Polices Fortunately, most companies utilize antivirus programs on all computers and servers for good reason, virus have been known to do the following: Corrupt/Invalidate Data, Destroy Data, and Steal Data. Anti-Virus applications are a great way to prevent any malicious application from being able to gain access to a company’s data.  However, anti-virus programs must be constantly updated because new viruses are always being created, and the anti-virus vendors need to distribute updates to their applications so that they can catch and remove them. Data Validation Policies and Procedures Data validation is very important to ensure that only accurate information is stored. The existence of invalid data can cause major problems when businesses attempt to use data for knowledge based decisions and for performance reporting. Data Scrubbing Policies and Procedures Data scrubbing is valuable to companies in one of two ways. The first can be used to clean data prior to being analyzed for report generation. The second is that it allows companies to remove things like personally Identifiable information from its data prior to transmit it between multiple environments or if the information is sent to an external location. An example of this can be seen with medical records in regards to HIPPA laws that prohibit the storage of specific personal and medical information. Additionally, I have professionally run in to a scenario where the Canadian government does not allow any Canadian’s personal information to be stored on a server not located in Canada. Encryption Practices The use of encryption is very valuable when a company needs to any personal information. This allows users with the appropriated access levels to view or confirm the existence or accuracy of data within a system by either decrypting the information or encrypting a piece of data and comparing it to the stored version.  Additionally, if for some unforeseen reason the data got in to the wrong hands then they would have to first decrypt the data before they could even be able to read it. Encryption just adds and additional layer of protection around data itself. Standard Normalization Practices The use of standard data normalization practices is very important when dealing with data because it can prevent allot of potential issues by eliminating the potential for unnecessary data duplication. Issues caused by data duplication include excess use of data storage, increased chance for invalidated data, and over use of data processing. Network and Database Security/Access Policies Every company has some form of network/data access policy even if they have none. These policies help secure data from being seen by inappropriate users along with preventing the data from being updated or deleted by users. In addition, without a good security policy there is a large potential for data to be corrupted by unassuming users or even stolen. Data Storage Policies Data storage polices are very important depending on how they are implemented especially when a company is trying to utilize them in conjunction with other policies like Data Backups. I have worked at companies where all network user folders are constantly backed up, and if a user wanted to ensure the existence of a piece of data in the form of a file then they had to store that file in their network folder. Conversely, I have also worked in places where when a user logs on or off of the network there entire user profile is backed up. Training Policies One of the biggest ways to prevent data loss and ensure that data will remain a company asset is through training. The practice of properly train employees on how to work with in systems that access data is crucial when trying to ensure a company’s data will remain an asset. Users need to be trained on how to manipulate a company’s data in order to perform their tasks to reduce the chances of invalidating data.

  • Effectiveness and Efficiency

    In the professional environment, i.e. at work, I am always seeking personal growth and to be challenged. The result is that my assignments, my work list, my tasks, my goals, my commitments, my [insert whatever word resonates with you] keep growing (in scope and desired impact). Which in turn means I have to keep finding new ways to deliver more value, while not falling into the trap of working more hours. To do that I continuously evaluate both my effectiveness and my efficiency. EFFECTIVENESS The first thing I check is my effectiveness: Am I doing the right things? Am I focusing too much on unimportant things? Am I spending more time doing stuff that is important to my team/org/division/business/company, or am I spending it on stuff that is important to me and that I enjoy doing? Am I valuing activities that maybe I have outgrown and should be delegated to others who are at a stage I have surpassed (in Microsoft speak: is the work I am doing level appropriate or am I still operating at the previous level)? Notice how the answers to those questions change over time and due to certain events, so I have to remind myself to revisit them frequently. Events that force me to re-examine them are: change of role, change of team/org/etc, change of direction of team/org/etc, re-org, new hires on the team that take on some of the work I did, personal promotion, change of manager... and if none of those events has occurred since the last annual review, I ask myself those at each annual review anyway. If you think you are not being effective at work, make a list of the stuff that you do and start tracking where your time goes. In parallel, have a discussion with your manager about where they think your time should go. Ultimately your time is finite and hence it is your most precious investment, don't waste it. If your management doesn't value as highly what you spend your time on, then either convince your management, or stop spending your time on it, or find different management: Lead, Follow, or get out of the way! That's my view on effectiveness. You have to fix that before moving to being efficient, or you may end up being very efficient at stuff that nobody wants you to be doing in the first place. For example, you may be spending your time writing blog posts and becoming better and faster at it all the time. If your manager thinks that is not even part of your job description, you are wasting your time to satisfy your inner desires. Nobody can help you with your effectiveness other than your management chain and your management peers - they are the judges of it. EFFICIENCY The second thing I check is my efficiency: Am I doing things right? For me, doing things right means that I deliver the same quality of work faster [than what I used to, and than my peers, and than expected of me]. The result is that I can achieve more [than what I used to, and than my peers, and than expected of me]. Notice how the efficiency goal is a more portable one. If, by whatever criteria, you think you are the best at [insert your own skill here], this can change at two events: because you have new colleagues (who are potentially better than your older ones), and it can change with a change of manager (who has potentially higher expectations). That's about it. Once you are efficient at something, you carry that with you... All you need to really be doing here is, when taking on new kinds of work that you haven't done before, try a few approaches and devise a system so that you can become efficient at this new activity too... Just keep "collecting" stuff that you are efficient at. If you think you are not being efficient at something, break it down: What are the steps you take to complete that task? How long do you spend on each step? Talk to others about what steps they take, to see if you can optimize some steps away or trade them for better steps, or just learn how to complete a step faster. Have a system for every task you take so that you can have repeatable success. That's my view on efficiency. You have to fix it so that you can free up time to do more. When you plan a route from A to B - all else being equal - you try to get there as fast as possible so why would you not want to do that with your everyday work? For example, imagine you are inefficient at processing email: You spend more time than necessary dealing with email, and you still end up with dropped email threads and with slower response times than others. How can you improve? Talk to someone that you think is good at this, understand their system (e.g. here is my email processing system) and come up with one that works for you. Parting Thoughts Are you considered, by your colleagues and manager, an effective and efficient person at your workplace? If you are, what would you change if you were asked by your management to do the job of two people? Seriously, think about that! Your immediate reaction may be "that is not possible", but it actually is. You just have to re-assess what things that were previously important will now stop being important, by discussing them with your management and reaching agreement on relative priorities. For example, stuff that was previously on your plate may now have to be delegated or dropped. Where you thought you were efficient, maybe now you have to find an even faster path to completion, perhaps keeping in mind that Perfect is the Enemy of “Good Enough”. My personal experience (from both observing others and from my own reflection) is that when folks are struggling to keep up at work it is because of two reasons: They are investing energy in stuff that they enjoy doing which the business regards as having a lower priority than a lot of other things on their plate. They are completing tasks to a level of higher quality than what is required (due to personal pride) missing the big picture which almost always mandates completing three tasks at good enough quality than knocking only one of them out of the park while the other two come in late or not at all. There is a lot of content on the web, so I strongly encourage you to use your favorite search engine to read other views on effectiveness and efficiency (Bing, Google).
