  • Charging by the hour/project

    This is related to a question I asked earlier - How to end a relationship with a client without pissing them off? What are your obligations when charging by the hour vs charging by project? If you agree to take on a project, give a rough estimate that it might take 10 days for you to work on and charge £X per hour - are you obligated to work for free after those 10 days are up and you have still not managed to complete your project due to unanticipated issues? What if you have delivered the project but bugs are found - should you fix these bugs for free if the 10 days are up or should you charge your client? Also, for the above project, what should be the result when you start on the project, but after the 10 days for whatever reason you have to give up and tell your client that you cannot do it anymore? I realise that this does nothing to build your reputation and relationship with the client but are you obligated to pay back the money paid to you or do you just deliver the half/nearly completed source code and help them find someone else to complete it? The reason I am asking the above questions is because I am very new to freelancing and would like to know how to deal with the above situations if they ever crop up. Thanks!

  • Most pain-free time registration software for developers ?

    I work as a consultant in a medium-sized firm. We need to keep track of time spent on individual tasks and which customers to bill to. Our current system for doing this is an old in-house system, that needs to be retired for various reasons. Most developers don't like registering time, so I am looking for the best tool for this job, that minimizes the time needed to register time. Must have features: Must be simple and easy to use. Must have reporting feature to use for billing. Must have an API, so we can integrate in-house tools. Registering time should be based on hours worked (ie. today, worked on Customer A, Task B from 8 AM to 12 AM). TFS integration is a plus, but not needed (ie. register time on a work item) May be open source or a paid product; doesn't really matter. What would you recommend ?

  • Junior developer introduction to job industry

    I am a junior developer at my second working experience, the first one using PHP with WordPress and currently on Groovy on Grails. I like coding, I attend meetup to discuss technology etc but I still did not understand how to become a real professional with the "know how" attitude. I read Clean Coder, the author advises to spend 20 hours per week of my spare time to learn new technologies and to keep myself up to date. I do not find this realistic, if you want to have a bit of a social life, and I also noticed that learning at work, at least in the places where I worked, is not ideal. No support from seniors for new projects, no pair programming and code reviews, no company trainings, one hour a week tech meetings where seniors walk away after a bit because they already know the topic discussed and so on. Sometimes is quite hard to keep the motivation... My questions are: Is our industry supposed to be like this? Is there real team working in the sense of sharing knowledge and help juniors to get up to speed? Are we supposed to learn new technologies or technology features just in our spare time?Clean Coder says football players do not train during official matches and our working hours are like official matches, we should just perform and learn in other moments. Is it really like this? How can I improve my skills with no support? Is it enough to read books and try out the exercises and perhaps some katas? In almost 5 month of Groovy on Grails experience at work, I have never had the opportunity to create anything from scratch, just worked on existing issues where it was even really difficult to get the domain knowledge from senior devs.

    Here are some of the terms and conditions set forward by my employer. Does these make sense for a job like programming? No freelancing in any way even in your free time outside company work hours (may be okay. May be they wanted their employees to be fully concentrating on their full time job. Also they don't want their employees to do similar work for a competing client. Completely rational in that sense). - So sort of agreed. Any thing you develop like ideas, design, code etc while I'm employed there, makes them the owner of that. Seriously? Don't you think that its bad (for me)? If I'm to develop something in my free time (by cutting down sleep and hard working), outside the company time and resource, is that claim rational? I heard that Steve Wozniak had such a contract while he was working at HP. But that sort of hardware design and also those companies pay well, when compared to the peanuts I get. No other kind of works allowed. Means no open source stuffs. Fully dedicated to being a puppet for the employer, though the working environment is sort of okay. According to my assessment this place would score a 10/12 in Joel's test. So are these terms okay especially considering the fact that I'm underpaid with peanuts?

  • For those of you who are senior developers what do you look for in a new company and development team?

    As I move forward in my career new jobs become more difficult to choose between. When I was starting out and for the first 8 years of my career I took the jobs that I could get that would keep me programming on the general technological path that I was on. I am a job hopper, I only stay with a company for between 2 - 3 years. I think that I do this because after 2 years I get bored and unless there are new projects to keep my busy I no longer find work interesting. Now that I am becoming more experienced it is more important for me to only apply for jobs that are interesting and will move my career and my skill set forward. My problem now is that I keep finding jobs where the projects appear to be interesting during the interview but once I get in the company I find the development environment is sub-par and the development team is disjointed. I feel like I am asking the wrong questions during the interview process and don't know what to look for to make sure that the environment I will be working in will be a good one. Now my question: For those of you who are senior developers what do you look for in a new company and development team? I am looking for the key qualities in a company and development team that you look for when interviewing with a company. These qualities are the ones that would give you hints that the company will be a good one to work for.

  • Is it wise for a programmer to move into management?

    Many times, a developer has suggested that I become a team leader because I'm motivated, but during my career in the IT industry, I've seen so many people who are great at programming, move into management and they are miserable. I've also seen many managers return to programming stating "I'm a technical person, I like technical problems". If this is such a common thing, why do developers feel compelled to leave the technical domain and move into management? Sure you'll have more money and more control, but if you don't enjoy your work and take your problems out on your tream. Secondly, I've been asked in developer interviews, "Would you consider leading a team?" and I'm always tempted to cite the Peter Principle based on what I've seen. I am interested in furthering myself, but not in the way the company may want i.e "Vice President of department blah". To be honest, I've seen this more often in the corporate world than in small development houses and it's always put me off ever going back to a corporate environment. I just feel that this is becoming more and more the norm and it's impacting team morale and degrading the quality of the work. Question: Based on what I've said, Is it a smart move for a technical person to move into management?

  • How do I start working as a programmer - what do I need?

    Hello, i am currently learning Java and PHP as I have some projects from university, which require me to apply both languages. Specifically, a Java GUI application, connecting to a MySQL database and a web application that will be implemented in PHP/MySQL. I have started learning the MVC pattern, Struts, Spring and I am also learning PHP with zend. My first question is: How can I find employment as a programmer/software engineer? The reason I ask is because I have sent my CV into many companys, but all of them stated that I required work experience. I really need some guidance on how to improve my career opportunites. At present, I work on my own and haven't worked in collaboration with anyone on a particular project. I'm assuming most people create projects and submit them along with their CVs. My second question is: Everyone has to make a start from somewhere, but what if this somewhere doesn't come? What do I need to do to create the circumstances where I can easily progress forward?   • Do you feel bad when you have to learn new things?

    New thing is not always cool. I see many people say they are very bored by doing the similar things day after day. For me it's the opposite - I'm always learning something new. During the last one and a harf year, nearly every two months I need to do lots of researches on a totally new topic: RTMP, MP4, SIP, VNC, Smooth streaming, ..., I have to read lots of specifications, download tones of open source projects to understand concepts, and turn them into my runnable code. And it was so bad! My brain has never been very sure and very familiar with anything, and when it's close to be sure and familiar, it'll have to switch to next thing. I kind of envy people who build upper level applications because they can be very focusing, and their knowledge set includes most things their job requires. Everything is quite measurable, direct and straightforward. Have you ever had the similar feeling? I'm thinking of asking my boss to assign me some other piece of work so that I work like moving forward on a broad road instead of figuring out a way in the dark, I think it'll be more relaxing, any suggestion?

  • Is it okay to use a language that isn't supported by your company for some tasks?

    I work for a company that supports several languages: COBOL, VB6, C# and Java. I use those languages for my primary work, but I often find myself to coding some minor programs (e.g. scripts) in Python because I found it to be the best tool for that type of task. For example: An analyst gives me a complex CSV file to populate some DB tables, so I would use Python to parse it and create a DB script. What's the problem? The main problem I see is that a few parts of these quick & dirty scripts are slowly gaining importance and: My company does not support Python They're not version controlled (I back them up in another way) My coworkers do not know Python The analysts have even started referencing them in email ("launch the script that exports..."), so they are needed more often than I initially thought. I should add that these scripts are just utilities that are not part of the main project; they simply help to get trivial tasks done in less time. For my own small tasks they help a lot. In short, if I were a lottery winner to be in a accident, my coworkers would need to keep the project alive without those scripts; they would spend more time in fixing CSV errors by hand for example. Is this a common scenario? Am I doing something wrong? What should I do?

  • Quit job for another but current employer doesn't want to lose me. Would it be a bad idea to stay?

    So I've handed in my notice at my current job as I've been offered a job at another company. However, my current employer doesn't want to lose me and they want to know what I want to stay. I mostly enjoy working there so I'd be open to negiotiation. The new job was an unexpected opportunity that presented itself. Such things I'd be looking for are: Better computers for developers Opportunity to work from home occasionally Improved internet access (e.g. able to download software, no keyword blocking) Chance to work on other technologies than my primary (we do have projects on other technologies) Pay increase (though this isn't my primary motivation) I found out that some of these were already in progress when I handed in my notice :( Is it ever a good idea to remain at a company after you've resigned? What if they meet all my conditions and alter my contract accordingly? Will I burn my bridges at the new company (I've already told them I'd accept their offer)? Update: Thanks for the answers. Quite a mixed bag which was interesting. Anyway, just so you know, I've chosen to stay at my current company. So far, it definately feels like the right decision. Guess I won't know for a few months whether is was though.

  • Kohana 3: How to find the active item in a dynamic menu

    Maybe not the best explanation, but hear me out. Say I have the following in a config file called menu.php: // Default controller is 'home' and default action is 'index' return array( 'items' => array( 'Home' => '', 'News' => 'news', 'Resources' => 'resources', ), ); I now want to print this out as a menu, which is pretty simple: foreach(Kohana::config('menu.items') as $title => $uri) { echo '<li>' . HTML::anchor($uri, $title) . '</li>'; } However, I want to find the $uri that matches the current controller and action. And if the action is the default one or not. What I want to end up with is that menu item should have id="active-item" if it is the linking to the current controller, but the default action. And id="active-subitem if it is linking to the current controller and the action is not the default one. Hope that made sense... Anyone able to help me out here? Both in how to do this in Kohana 3 and also how it should be done in Kohana 3. I'm sure there are lots of ways, but yeah... any help is welcome :) Examples: domain.com -- Home should be active-item since it is the default controller domain.com/home -- Home should be active-item domain.com/home/index -- Home should be active-item since index is the default action domain.com/resources -- Resources should be active-item domain.com/resources/get/7 -- Resources should be active-subitem since get is not the default action

  • latex list environment inside the tabular environment: extra line at top preventing alignment

    Hello good people of stackoverflow. I have a LaTeX question that is bugging me. I have been trying to get a list environment to appear correctly inside the tabular environment. So far I have gotten everything to my liking except one thing: the top of the list does not align with other entries in the table, in fact it looks like it adds one line above the list... I would like to have these lists at the top.   • Show WPF tooltip on disabled item only

    Just wondering if it is possible to show a WPF on a disabled item ONLY (and not when the item is enabled). I would like to give the user a tooltip explaining why an item is currently disabled. I have an IValueConverter to invert the boolean IsEnabled property binding. But it doesn't seem to work in this situation. The tooltip is show both when the item is enabled and disabled. So is is possible to bind a tooltip.IsEnabled property exclusively to an item's own !IsEnabled?     I’m fascinated by the way people learn. I’m told there are several methods people use to understand new information, from reading to watching, from experiencing to exploring. Personally, I use multiple methods of learning when I encounter a new topic, usually starting with reading a bit about the concepts. I quickly want to put those into practice, however, especially in the technical realm. I immediately look for examples where I can start trying out the concepts. But I often want a “real” example – not just something that represents the concept, but something that is real-world, showing some feature I could actually use. And it’s no different with the Windows Azure platform – I like finding things I can do now, and actually use. So when I started learning Windows Azure, I of course began with the Windows Azure Training Kit – which has lots of examples and labs, presentations and so on. But from there, I wanted more examples I could learn from, and eventually teach others with. I was asked if I would write a few of those up, so here are the ones I use. CodePlex CodePlex is Microsoft’s version of an “Open Source” repository. Anyone can start a project, add code, documentation and more to it and make it available to the world, free of charge, using various licenses as they wish. Microsoft also uses this location for most of the examples we publish, and sample databases for SQL Server. If you search in CodePlex for “Azure”, you’ll come back with a list of projects that folks have posted, including those of us at Microsoft. The source code and documentation are there, so you can learn using actual examples of code that will do what you need. There’s everything from a simple table query to a full project that is sort of a “Corporate Dropbox” that uses Windows Azure Storage. The advantage is that this code is immediately usable. It’s searchable, and you can often find a complete solution to meet your needs. The disadvantage is that the code is pretty specific – it may not cover a huge project like you’re looking for. Also, depending on the author(s), you might not find the documentation level you want. It has resources not only for Windows Azure but other Microsoft software as well. The Patterns and Practices group also publishes full books – you can buy these, but many are also online for free. There’s an end-to-end example for Windows Azure using a company called “Tailspin”, and the work covers not only the code but the design of the full solution. If you really want to understand the thought that goes into a Platform-as-a-Service solution, this is an excellent resource. The advantages are that this is a book, it’s complete, and it includes a discussion of design decisions. The disadvantage is that it’s a little over a year old – and in “Cloud” years that’s a lot. So many things have changed, improved, and have been added that you need to treat this as a resource, but not the only one. Still, highly recommended.   • Stand-Up Desk 2012 Update

    One of the more popular topics here on my technical blog doesn't have to do with technology, per-se - it's about the choice I made to go to a stand-up desk work environment. If you're interested in the history of those, check here: Stand-Up Desk Part One Stand-Up Desk Part Two I have made some changes and I was asked to post those here.Yes, I'm still standing - I think the experiment has worked well, so I'm continuing to work this way. I've become so used to it that I notice when I sit for a long time. If I'm flying, or driving a long way, or have long meetings, I take breaks to stand up and move around. That being said, I don't stand as much as I did. I started out by standing the entire day - which did not end well. As you can read in my second post, I found that sitting down for a few minutes each hour worked out much better. And over time I would say that I now stand about 70-80% of the day, depending on the day. Some days I don't even notice I'm standing, so I don't sit as often. Other days I find that I really tire quickly - so I sit more often. But in both cases, I stand more than I sit. In the first post you can read about how I used a simple coffee-table from Ikea to elevate my desktop to the right height. I then adjusted the height where I stand by using a small plastic square and some carpet. Over time I found this did not work as well as I'd like. The primary reason is that the front of these are at the same depth - so my knees would hit the desk or table when I sat down. Also, the desk was at a certain height, and I had to adjust, rather than the other way around.  Also, I like a lot of surface area on top of a desk - almost more of a table. Routing cables and wiring was a pain, and of course moving it was out of the question.   So I've changed what I use. I found a perfect solution for what I was looking for - industrial wire shelving: I bought one, built only half of it (for the right height I wanted) and arranged the shelves the way I wanted. I then got a 5'x4' piece of wood from Lowes, and mounted it to where the top was balanced, but had an over-hang  I could get my knees under easily.My wife sewed a piece of fake-leather for the top. This arrangement provides the following benefits: Very strong Rolls easily, wheels can lock to prevent rolling Long, wide shelves Wire-frame allows me to route any kind of wiring and other things all over the desk I plugged in my UPS and ran it's longer power-cable to the wall outlet. I then ran the router's LAN connection along that wire, and covered both with a large insulation sleeve. I then plugged in everything to the UPS, and routed all the wiring. I can now roll the desk almost anywhere in the room so that I can record, look out the window, get closer to or farther away from the door and more. I put a few boxes on the shelves as "drawers" and tidied that part up. Even my printer fits on a shelf. Laser-dog not included - some assembly required In the second post you can read about the bar-stool I purchased from Target for the desk. I cheaped-out on this one, and it proved to be a bad choice. Because I had to raise it so high, and was constantly sitting on it and then standing up, the gas-cylinder in it just gave out. So it became a very short stool that I ended up getting rid of. In the end, this one from Ikea proved to be a better choice: And so this arrangement is working out perfectly. I'm finding myself VERY productive this way. I hope these posts help you if you decide to try working at a stand-up desk. Although I was skeptical at first, I've found it to be a very healthy, easy way to code, design and especially present over a web-cam.   • Dealing with "I-am-cool-and-you-are-dumb" manager [closed]

    I have been working with a software company for about 6 months now. I like the projects I work on there and I really like all the people there except for 1 guy. That guy is technically smart, and he is a co-founder of the company. He is an okay guy in person (the kind you wouldn't want to care about much) but things get tricky when he is your manager. In general I am all okay but there are times when I feel I am not being treated fairly: He doesn't give much thought to when he makes mistakes and when I do something similar, he is super critical. Recently he went as far as to say "I am not sure if I can trust you with this feature". The detais of this specific case are this: I was working on this feature, and I was already a couple of hours over my normal working hours, and then I decided to stop and continue tomorrow. We use git, and I like to commit changes locally and only push when I feel they are ready. This manager insists that I push all the changes to the central repo (in case my hard drive crashes). So I push the change, and the ticket is marked as "to be tested". Next day I come in, he sits next to me and starts complaining and says that I posted above. I really didn't know what to say, I tried to explain to him that the ticket is still being worked upon but he didn't seem to listen. He interrupts me in-between when I am coding, which I do not mind, but when I do that same, his face turns like this :| and reacts as if his work was super important and I am just wasting his time. He asks me to accumulate all questions, and then ask him altogether which is not always possible, as you need a clarification before you can continue on a feature implementation. And when I am coding, he talks on the phone with his customers next to me (when he can go to the meeting room with his laptop) and doesn't care. He made me switch to a whole new IDE (from Netbeans to a commercial IDE costing a lot of money) for a really tiny feature (which I later found out was in Netbeans as well!). I didn't make a big deal out of it as I am equally comfortable working with this new IDE, but I couldn't get the science behind his obsession. He said this feature makes sure that if any method is updated by a programmer, the IDE will turn the method name to red in places where it is used. I told him that I do not have a problem since I always search for method usage in the project and make sure its updated. IDEs even have refactoring features for exactly that, but... I recently implemented a feature for a project, and I was happy about it and considering him a senior, I asked him his comments about the implementation quality.. he thought long and hard, made a few funny faces, and when he couldn't find anything, he said "ummm, your program will crash if JS is disabled" - he was wrong, since I had made sure it would work fine with default values even if JS was disabled. I told him that and then he said "oh okay". BUT, the funny thing is, a few days back, he implemented something and I objected with "But that would not run if JS is disabled" and his response was "We don't have to care about people who disable JS" :-/ Once he asked me to investigate if there was a way to modify a CMS generated menu programmatically by extending the CMS, I did my research and told him that the only was is to inject a menu item using JavaScript / jQuery and his reaction was "ah that's ugly, and hacky, not acceptable" and two days later, I see that feature implemented in the same way as I had suggested. The point is, his reaction was not respectful at all, even if what I proposed was hacky, he should be respectful, that I know what's hacky and if I am suggesting something hacky, there must be a reason for it. There are plenty of other reasons / examples where I feel I am not being treated fairly. I want your advice as to what is it that I am doing wrong and how to deal with such a situation. The other guys in the team are actually very good people, and I do not want to leave the job either (although I could, if I want to). All I want is respect and equal treatment. I have thought about talking to this guy in a face to face meeting, but that worries me that his attitude might get worse and make things more difficult for me (since he doesn't seem to be the guy who thinks he can be wrong too). I am also considering talking to the other co-founder but I am not sure how he will take it (as both founders have been friends forever).     I've finally decided that pen and paper/whiteboards are not up to the job as my workload increases so I'm looking for a good task tracking system. I need something that can track tasks in categories (projects) and allow me to assign priority to each task. I've tried iTeamWork which requires projects to have an end time which is no good for me as at least one of my projects is ongoing. I also tried Teamly which was required tasks to be set to a specific day which is no good as tasks sometimes take more than a day and I would like them organised by priority rather than specific days. Preferably looking for something hosted but I'm happy to install on our servers if it supports PHP/MySQL. Oh, and an iPhone client would be the icing on the cake! Can anyone recommend anything?

    Hi I try to show the Mail Control Panel item in Windows 2008 R2. I only type the Name "Mail" in to the "Show only specified Contol Panel items Properties" in the Group Policy. In Windows 2008 R2 that doesn't work and theres no item in the Control Panel to configure Outlook 2010 Profiles. I already tried with: Mail and Mail(32-bit).   • Change Block Tracking settings not retained for a VM on VMWare 5.5

    I'm trying to enable Change Block Tracking as per this VMWare KB article but the setting ctkEnabled is not being retained in the advanced options or being added to the vmx file. The setting scsi0:0.ctkEnabled is being retained and I see a file vmname-ctk.vmdk in the datastore. I've verified that the vm doesn't have any snapshots but don't see any other suggestions in the KB (or google, of course.) Edit: The last comment on this community post. It's a slightly different circumstance, but suggests that there is an known bug editing these settings in the web-gui.

    I've really been struggling through this. New to Java/Android. I'm writing my first app and this is the first thing that has taken me longer than a couple days of searching to figure out. Here's the setup: It's a BAC calculator / drink counter: A formula is used to calculate the BAC. Here's the forumla: Bac = ((StandardDrinks / 2) * (GenderConstant / Weight)) - (0.017 * Hours); So as you can see, being able to modify the gender and weight will produce more accurate and personalized results. So I have them as doubles: double GenderConstant = 7.5; //9 for female double Weight = 180; To change these variables I would like the person to be able to go into the settings and choose different values. I have these things set up, but not linked to the variables shown above because I cannot for the life of me figure out how. Here they are: I press the menu button and this pops up. Great. I'll click Settings. Now the preferences pops up.   • Career Advice: finding challenging work in software and web development

    Having left my physics degree early, I started out in the realm of web design / front end web development and was able to get work quite quickly. I moved on to spend a chunk of my time on servers and gained experience with frameworks like Wordpress and Drupal, then the likes of Codeigniter and CakePHP and became comfortable in Debian-based and RHEL/CentOS environments. I ventured in to iOS development and published a couple of native apps to the app store too! I have started to spend a good deal of my time writing Python and have invested a little time in Django. The problem is, I still spend a fair chunk of my time doing more front end web development (writing markup and CSS for site themes, design-lead JavaScript, small applications for which application architecture and software engineering are relatively unimportant or too time consuming to invest in) in my job. What I want to do is really exercise the systematic/logical portion of my brain and tackle challenging problems on a daily basis. I want to have to care about big-oh running times, modularity in software, DRY, performance tuning and development methodologies. I want to work for a firm whose clients say: "Yes, these things are important to us and we'll pay you to get them right." But it is difficult: I have no formal training and am potentially becoming a jack of all trades. Not that being a jack of many trades is necessarily a bad thing, but the scope of work I find myself involved in is far too broad. And, there are only so many hours in a day outside of work! My question is: where do I go from here? I am starting to work on a few open source projects and have started to publish content to my blog. But this isn't likely to make it past the recruitment consultants and HR departments of many-a-firm. And I do not, for example, work in a team that practices agile methodologies, so how do I get work in such a team to gain experience? While I have been responsible for implementing version control and some solid working practices into our current environment, there is only so far I can go in this context. What would convince you that i'm worth taking a risk? What would convince you that i'll have caught up the other guys in your employ in next to no time?

  • Conducting Effective Web Meetings

    There are several forms of corporate communication. From immediate, rich communications like phones and IM messaging to historical transactions like e-mail, there are a lot of ways to get information to one or more people. From time to time, it's even useful to have a meeting. (This is where a witty picture of a guy sleeping in a meeting goes. I won't bother actually putting one here; you're already envisioning it in your mind) Most meetings are pointless, and a complete waste of time. This is the fault, completely and solely, of the organizer. It's because he or she hasn't thought things through enough to think about alternate forms of information passing. Here's the criteria for a good meeting - whether in-person or over the web: 100% of the content of a meeting should require the participation of 100% of the attendees for 100% of the time It doesn't get any simpler than that. If it doesn't meet that criteria, then don't invite that person to that meeting. If you're just conveying information and no one has the need for immediate interaction with that information (like telling you something that modifies the message), then send an e-mail. If you're a manager, and you need to get status from lots of people, pick up the phone.If you need a quick answer, use IM. I once had a high-level manager that called frequent meetings. His real need was status updates on various processes, so 50 of us would sit in a room while he asked each one of us questions. He believed this larger meeting helped us "cross pollinate ideas". In fact, it was a complete waste of time for most everyone, except in the one or two moments that they interacted with him. So I wrote some code for a Palm Pilot (which was a kind of SmartPhone but with no phone and no real graphics, but this was in the days when we had just discovered fire and the wheel, although the order of those things is still in debate) that took an average of the salaries of the people in the room (I guessed at it) and ran a timer which multiplied the number of people against the salaries. I left that running in plain sight for him, and when he asked about it, I explained how much the meetings were really costing the company. We had far fewer meetings after. Meetings are now web-enabled. I believe that's largely a good thing, since it saves on travel time and allows more people to participate, but I think the rule above still holds. And in fact, there are some other rules that you should follow to have a great meeting - and fewer of them. Be Clear About the Goal This is important in any meeting, but all of us have probably gotten an invite with a web link and an ambiguous title. Then you get to the meeting, and it's a 500-level deep-dive on something everyone expects you to know. This is unfair to the "expert" and to the participants. I always tell people that invite me to a meeting that I will be as detailed as I can - but the more detail they can tell me about the questions, the more detailed I can be in my responses. Granted, there are times when you don't know what you don't know, but the more you can say about the topic the better. There's another point here - and it's that you should have a clearly defined "win" for the meeting. When the meeting is over, and everyone goes back to work, what were you expecting them to do with the information? Have that clearly defined in your head, and in the meeting invite. Understand the Technology There are several web-meeting clients out there. I use them all, since I meet with clients all over the world. They all work differently - so I take a few moments and read up on the different clients and find out how I can use the tools properly. I do this with the technology I use for everything else, and it's important to understand it if the meeting is to be a success. If you're running the meeting, know the tools. I don't care if you like the tools or not, learn them anyway. Don't waste everyone else's time just because you're too bitter/snarky/lazy to spend a few minutes reading. Check your phone or mic. Check your video size. Install (and learn to use)  ZoomIT (http://technet.microsoft.com/en-us/sysinternals/bb897434.aspx). Format your slides or screen or output correctly. Learn to use the voting features of the meeting software, and especially it's whiteboard features. Figure out how multiple monitors work. Try a quick meeting with someone to test all this. Do this *before* you invite lots of other people to your meeting.   Use a WebCam I'm not a pretty man. I have a face fit for radio. But after attending a meeting with clients where one Microsoft person used a webcam and another did not, I'm convinced that people pay more attention when a face is involved. There are tons of studies around this, or you can take my word for it, but toss a shirt on over those pajamas and turn the webcam on. Set Up Early Whether you're attending or leading the meeting, don't wait to sign on to the meeting at the time when it starts. I can almost plan that a 10:00 meeting will actually start at 10:10 because the participants/leader is just now installing the web client for the meeting at 10:00. Sign on early, go on mute, and then wait for everyone to arrive. Mute When Not Talking No one wants to hear your screaming offspring / yappy dog / other cubicle conversations / car wind noise (are you driving in a desert storm or something?) while the person leading the meeting is trying to talk. I use the Lync software from Microsoft for my meetings, and I mute everyone by default, and then tell them to un-mute to talk to the group. Share Collateral If you have a PowerPoint deck, mail it out in case you have a tech failure. If you have a document, share it as an attachment to the meeting. Don't make people ask you for the information - that's why you're there to begin with. Even better, send it out early. "But", you say, "then no one will come to the meeting if they have the deck first!" Uhm, then don't have a meeting. Send out the deck and a quick e-mail and let everyone get on with their productive day. Set Actions At the Meeting A meeting should have some sort of outcome (see point one). That means there are actions to take, a follow up, or some deliverable. Otherwise, it's an e-mail. At the meeting, decide who will do what, when things are needed, and so on. And avoid, if at all possible, setting up another meeting, unless absolutely necessary. So there you have it. Whether it's on-premises or on the web, meetings are a necessary evil, and should be treated that way. Like politicians, you should have as few of them as are necessary to keep the roads paved and public libraries open.
