• Java JRE 1.6.0_35 Certified with Oracle E-Business Suite

  The latest Java Runtime Environment 1.6.0_35 (a.k.a. JRE 6u35-b10) is now certified with Oracle E-Business Suite Release 11i and 12 desktop clients.   What's new in Java 1.6.0_35?See the 1.6.0_35 Update Release Notes for details about what has changed in this release.  This release is available for download from the usual Sun channels and through the 'Java Automatic Update' mechanism. 32-bit and 64-bit versions certified This certification includes both the 32-bit and 64-bit JRE versions. 32-bit JREs are certified on: Windows XP Service Pack 3 (SP3) Windows Vista Service Pack 1 (SP1) and Service Pack 2 (SP2) Windows 7 and Windows 7 Service Pack 1 (SP1) 64-bit JREs are certified only on 64-bit versions of Windows 7 and Windows 7 Service Pack 1 (SP1). Worried about the 'mismanaged session cookie' issue? No need to worry -- it's fixed.  To recap: JRE releases 1.6.0_18 through 1.6.0_22 had issues with mismanaging session cookies that affected some users in some circumstances. The fix for those issues was first included in JRE 1.6.0_23. These fixes will carry forward and continue to be fixed in all future JRE releases.  In other words, if you wish to avoid the mismanaged session cookie issue, you should apply any release after JRE 1.6.0_22.All JRE 1.6 releases are certified with EBS upon release Our standard policy is that all E-Business Suite customers can apply all JRE updates to end-user desktops from JRE 1.6.0_03 and later updates on the 1.6 codeline.  We test all new JRE 1.6 releases in parallel with the JRE development process, so all new JRE 1.6 releases are considered certified with the E-Business Suite on the same day that they're released by our Java team.  You do not need to wait for a certification announcement before applying new JRE 1.6 releases to your EBS users' desktops. • Survey: Your Plans for Adopting New Firefox Releases?

  Mozilla is committing to releasing new Firefox versions every six weeks.  Mozilla released Firefox 5 this week.  With this release, Mozilla states that Firefox 4 is End-of-Life and will not receive any additional security updates.  In a comment thread posted on to a Mike Kaply's blog article discussing these new Firefox policies, Asa Dotzler from Mozilla stated: ... Enterprise has never been (and I’ll argue, shouldn’t be) a focus of ours. Until we run out of people who don’t have sysadmins and enterprise deployment teams looking out for them, I can’t imagine why we’d focus at all on the kinds of environments you care so much about.  In a later comment, he added: ... A minute spent making a corporate user happy can better be spent making many regular users happy. I’d much rather Mozilla spending its limited resources looking out for the billions of users that don’t have enterprise support systems already taking care of them. Asa then confirmed that every new Firefox release will put the previous one into End-of-Life: As for John’s concern, “By the time I validate Firefox 5, what guarantee would I have that Firefox 5 won’t go EOL when Firefox 6 is released?” He has the opposite of guarantees that won’t happen. He has my promise that it will happen. Firefox 6 will be the EOL of Firefox 5. And Firefox 7 will be the EOL for Firefox 6.  He added: “You’re basically saying you don’t care about corporations.” Yes, I’m basically saying that I don’t care about making Firefox enterprise friendly. Kev Needham, Channel Manager at Mozilla later stated to PC Mag: The Web and Web browsers continue to evolve rapidly. Mozilla's focus is on providing users with the best Web experience possible, and Firefox needs to evolve at the pace the Web's users and developers expect. By releasing small, focused updates more often, we are able to deliver improved security and stability even as we introduce new features, which is better for our users, and for the Web.We recognize that this shift may not be compatible with a large organization's IT Policy and understand that it is challenging to organizations that have effort-intensive certification polices. However, our development process is geared toward delivering products that support the Web as it is today, while innovating and building future Web capabilities.   Want to know if you have what it takes to be certified by Microsoft? Today we check out an enjoyable way to practice and test your IT knowledge of Microsoft products.  There are two modes, one where you log in with your Live account so you can save your progress, and play additional levels.   If you log in with your Live account, it’s obvious that Microsoft wants to sell you some certification courses, so just be aware of that. Or Guest Play where you can only play one episode and scores are not saved.   Playing the Game We’ll take a look at the Guest Play just so you get a sense of what the game is about. Enter in a username and pick an avatar… Then read the instructions…we won’t go over them all here, there are a lot of options and points are scored by correct answers, amount of time it takes to answer them, you get vouchers to play a question before answers are shown…etc. Once you start playing, you get certification questions, you can take as much time to read the question as you want, then hit the Answer button when you’re ready. Now you have four answers to choose from…notice the time clicking down, so you want to try to answer as quickly as possible. After selecting the answer, you’re told if it is correct or not, then given an answer explaination, along with your score. You can flag the topic so it comes up again, which is a good way to get repetition of various topics, which really helps when taking the cert tests. If you get an answer wrong, you still get an answer explanation which is cool, so you can learn and better understand the topic. Conclusion This game is definitely not for everyone, only those who are curious or want a fun way to practice for Microsoft certifications. • Seven Accounting Changes for 2010

  I read a very interesting article called Seven Accounting Changes That Will Affect Your 2010 Annual Report from SmartPros that nicely summarized how 2010 annual financial statements will be impacted.  Here’s a Reader’s Digest version of the changes: 1.  Changes to revenue recognition if you sell bundled products with multiple deliverables: Old Rule: You needed to objectively establish the “fair value” of each bundled item. So if you sold a dishwasher plus installation and could not establish the fair value of the installation, you might have to delay recognizing revenue of the dishwasher days or weeks later until it was installed. New Rule (ASU 2009-13): “Objective” proof of each service or good is no longer required; you can simply estimate the selling price of the installation and warranty. So the dishwasher vendor can recognize the dishwasher revenue immediately at the point of sale without waiting a few weeks for the installation. Then they can recognize the estimated value of the installation after it is complete. 2.  Changes to revenue recognition for devices with embedded software: Old Rule: Hardware devices with embedded software, such as the iPhone, had to follow stringent software revrec rules. This forced Apple to recognize iPhone revenues over two years, the period of time that software updates were provided. New Rule (ASU 2009-14): Software revrec rules no longer apply to these devices with embedded software; these devices can now follow ASU 2009-13. This allows vendors, such as Apple, to recognize revenue sooner. 3.  Fair value disclosures: Companies (both public and private) now need to spend extra time gathering, summarizing, and disclosing information about items measured at fair value, such as significant transfers in and out of Level 1(quoted market price), Level 2 (valuation based on observable markets), and Level 3 (valuations based on internal information). 4.  Consolidation of variable interest entities (a.k.a special purpose entities): Consolidation rules for variable interest entities now require a qualitative, not quantitative, analysis to determine the primary beneficiary. Instead of simply looking at the percentage of voting interests, the primary beneficiary could have less than the majority interests as long as it has the power to direct the activities and absorb any losses.  5.  XBRL: Starting in June 2011, all U.S. public companies are required to file financial statements to the SEC using XBRL. Note: Oracle supports XBRL reporting. 6.  Non-GAAP financial disclosures: Companies that report non-GAAP measures of performance, such as EBITDA in SEC filings, have more flexibility.  The new interpretations can be found here: http://www.sec.gov/divisions/corpfin/guidance/nongaapinterp.htm.  7.  Loss contingencies disclosures: Companies should expect additional scrutiny of their loss disclosures, such as those from litigation losses, in their annual financial statements. The SEC wants more disclosures about loss contingencies sooner instead of after the cases are settled.

• Lenovo Thinkpad X1 Carbon support

  I am considering selling my Mac to get money towards a Lenovo Thinkpad X1 because what I really want to do is to be running an Ubuntu system all the time. Is this machine completely supported in Ubuntu, with no tiny little feature missing just because I am "going Linux"? Optional user story section, skip to the question below if you don't have time: I have a friend who bought a "works on Ubuntu" system a year ago and has hated the fact ever since: battery lasts less than if he boots in Windows (which he despises) and he ascribes that to "no good OS/harware integration and support for advanced chipset power management features", odd behaviour on suspend/resume/hibernate (says: "when it works 90% of the time and the other 10% it makes you lose your work is as good as broken - 90% is the same as 0% he says), some occasional graphics card glitches he can perfectly well live with and has almost grown affectionate to, and finally, and that is what would make him undo his choice if he could, bad "input device drivers". He says: trackpoint and trackpad just "feel different", "so much better" on Windows and that was impossible to know from the website brochure. That story makes me very doubtful... but I want to abandon this "walled garden" of prison that is my Mac and go Ubuntu all the way, no doubt about that! My dilemma at this time is just: "I don't want to live with those eternal frustrations for sure"! Here's a directly answerable phrasing of my question: Is the Lenovo Thinkpad X1 supported on Ubuntu? Yes/no, which version? Which hardware features are not supported? Provide a list Optionally: sort the list in descending order of frustration from your experience Optionally: mention if there are acceptable workarounds to the "out-of-the-box" condition described in the earlier points and whether this ameliorates frustration at least to "tolerable" levels Comment: the Ubuntu hardware certification page is so not-for-end-users it's unreal. Whoa. What would make it end-user friendly is: Link to "buy here and you'll be just fine, this is the right configuration for you, it'll work as long as you press BUY on that page and don't browse further" Remove mentions of may and might not work. Just tell it straight: press buy here and you will get a working system with the exception of A, B, C (so that I can decide whether the philosophical "freedom pleasure" I get from escaping an Apple world is enough to off-balance the loss, for instance, of Bluetooth capabilities (something that I of course use on my Mac) but "could" lose to use free (as in freedom) software The certification page fails to dispel doubts in me as an end-user. I don't feel "eased into Ubuntu", I feel "partially informed".

  Hi all I have (just like the rest) inherited some struts 1 code. I have had need to add a few more pages to this project. What I cannot figure out is how to map several distinct but similarly natured input elements to the my ActionForm. Let me elaborate. I create a new <Input> element dynamically as the user inputs more and more items (I use the YUI autocomplete form element and for each entered input I add it as an input element to my form and draw a new YUI autocomplete - complex sounding, I know) So...   Latest roll up patch for 10.1.3.4.1 is now out in the wild. Yep, there are bug fixes but the guys have implemented some great enhancements. I'll be covering some of them over the coming weeks, from collapsing bookmarks in your PDFs to better MS AD support to 'true' Excel templates, yes you read that correctly! The previous posts were: JMS Step 1 - How to Create a Simple JMS Queue in Weblogic Server 11g JMS Step 2 - Using the QueueSend.java Sample Program to Send a Message to a JMS Queue JMS Step 3 - Using the QueueReceive.java Sample Program to Read a Message from a JMS Queue JMS Step 4 - How to Create an 11g BPEL Process Which Writes a Message Based on an XML Schema to a JMS Queue JMS Step 5 - How to Create an 11g BPEL Process Which Reads a Message Based on an XML Schema from a JMS Queue This example leads you through the creation of an Oracle database Advanced Queue and the related WebLogic server objects in order to use AQ JMS in connection with a SOA composite. If you have not already done so, I recommend you look at the previous posts in this series, as they include steps which this example builds upon. The following examples will demonstrate how to write and read from the queue from a SOA process. 1. Recap and Prerequisites In the previous examples, we created a JMS Queue, a Connection Factory and a Connection Pool in the WebLogic Server Console. Then we wrote and deployed BPEL composites, which enqueued and dequeued a simple XML payload. AQ JMS allows you to interoperate with database Advanced Queueing via JMS in WebLogic server and therefore take advantage of database features, while maintaining compliance with the JMS architecture. AQ JMS uses the WebLogic JMS Foreign Server framework. A full description of this functionality can be found in the following Oracle documentation Oracle® Fusion Middleware Configuring and Managing JMS for Oracle WebLogic Server 11g Release 1 (10.3.6) Part Number E13738-06 7. Interoperating with Oracle AQ JMS http://docs.oracle.com/cd/E23943_01/web.1111/e13738/aq_jms.htm#CJACBCEJ For easier reference, this sample will use the same names for the objects as in the above document, except for the name of the database user, as it is possible that this user already exists in your database. We will create the following objects Database Objects Name Type AQJMSUSER Database User MyQueueTable Advanced Queue (AQ) Table UserQueue Advanced Queue WebLogic Server Objects Object Name Type JNDI Name aqjmsuserDataSource Data Source jdbc/aqjmsuserDataSource AqJmsModule JMS System Module AqJmsForeignServer JMS Foreign Server AqJmsForeignServerConnectionFactory JMS Foreign Server Connection Factory AqJmsForeignServerConnectionFactory AqJmsForeignDestination AQ JMS Foreign Destination queue/USERQUEUE eis/aqjms/UserQueue Connection Pool eis/aqjms/UserQueue 2. Create a Database User and Advanced Queue The following steps can be executed in the database client of your choice, e.g. JDeveloper or SQL Developer. The examples below use SQL*Plus. Log in to the database as a DBA user, for example SYSTEM or SYS. Create the AQJMSUSER user and grant privileges to enable the user to create AQ objects. Create Database User and Grant AQ Privileges sqlplus system/password as SYSDBA GRANT connect, resource TO aqjmsuser IDENTIFIED BY aqjmsuser; GRANT aq_user_role TO aqjmsuser; GRANT execute ON sys.dbms_aqadm TO aqjmsuser; GRANT execute ON sys.dbms_aq TO aqjmsuser; GRANT execute ON sys.dbms_aqin TO aqjmsuser; GRANT execute ON sys.dbms_aqjms TO aqjmsuser; Create the Queue Table and Advanced Queue and Start the AQ The following commands are executed as the aqjmsuser database user. Create the Queue Table connect aqjmsuser/aqjmsuser; BEGIN dbms_aqadm.create_queue_table ( queue_table = 'myQueueTable', queue_payload_type = 'sys.aq$_jms_text_message', multiple_consumers = false ); END; / Create the AQ BEGIN dbms_aqadm.create_queue ( queue_name = 'userQueue', queue_table = 'myQueueTable' ); END; / Start the AQ BEGIN dbms_aqadm.start_queue ( queue_name = 'userQueue'); END; / The above commands can be executed in a single PL/SQL block, but are shown as separate blocks in this example for ease of reference. Configure WebLogic Server and Add JMS Objects All these steps are executed from the WebLogic Server Administration Console. Log in as the webLogic user. Configure a WebLogic Data Source The data source is required for the database connection to the AQ created above. Navigate to domain > Services > Data Sources and press New then Generic Data Source. Use the values:Name: aqjmsuserDataSource JNDI Name: jdbc/aqjmsuserDataSource Database type: Oracle Database Driver: *Oracle’ Driver (Thin XA) for Instance connections; Versions:9.0.1 and later Connection Properties: Enter the connection information to the database containing the AQ created above and enter aqjmsuser for the User Name and Password. Press Test Configuration to verify the connection details and press Next. Target the data source to the soa server. The data source will be displayed in the list. It is a good idea to test the data source at this stage. Click on aqjmsuserDataSource, select Monitoring > Testing > soa_server1 and press Test Data Source. The result is displayed at the top of the page. Configure a JMS System Module The JMS system module is required to host the JMS foreign server for AQ resources. Navigate to Services > Messaging > JMS Modules and select New. Use the values: Name: AqJmsModule (Leave Descriptor File Name and Location in Domain empty.) Target: soa_server1 Click Finish. The other resources will be created in separate steps. The module will be displayed in the list.   Configure a JMS Foreign Server A foreign server is required in order to reference a 3rd-party JMS provider, in this case the database AQ, within a local WebLogic server JNDI tree. Navigate to Services > Messaging > JMS Modules and select (click on) AqJmsModule to configure it. Under Summary of Resources, select New then Foreign Server. Name: AqJmsForeignServer Targets: The foreign server is targeted automatically to soa_server1, based on the JMS module’s target. Press Finish to create the foreign server. The foreign server resource will be listed in the Summary of Resources for the AqJmsModule, but needs additional configuration steps. Click on AqJmsForeignServer and select Configuration > General to complete the configuration: JNDI Initial Context Factory: oracle.jms.AQjmsInitialContextFactory JNDI Connection URL: <empty> JNDI Properties Credential:<empty> Confirm JNDI Properties Credential: <empty> JNDI Properties: datasource=jdbc/aqjmsuserDataSource This is an important property. It is the JNDI name of the data source created above, which points to the AQ schema in the database and must be entered as a name=value pair, as in this example, e.g. datasource=jdbc/aqjmsuserDataSource, including the “datasource=” property name. Default Targeting Enabled: Leave this value checked. Press Save to save the configuration. At this point it is a good idea to verify that the data source was written correctly to the config file. In a terminal window, navigate to $MIDDLEWARE_HOME/user_projects/domains/soa_domain/config/jms  and open the file aqjmsmodule-jms.xml . The foreign server configuration should contain the datasource name-value pair, as follows:   <foreign-server name="AqJmsForeignServer">         <default-targeting-enabled>true</default-targeting-enabled>         <initial-context-factory>oracle.jms.AQjmsInitialContextFactory</initial-context-factory>         <jndi-property>           <key> datasource </key>           <value> jdbc/aqjmsuserDataSource </value>         </jndi-property>   </foreign-server> </weblogic-jms> Configure a JMS Foreign Server Connection Factory When creating the foreign server connection factory, you enter local and remote JNDI names. The name of the connection factory itself and the local JNDI name are arbitrary, but the remote JNDI name must match a specific format, depending on the type of queue or topic to be accessed in the database. This is very important and if the incorrect value is used, the connection to the queue will not be established and the error messages you get will not immediately reflect the cause of the error. The formats required (Remote JNDI names for AQ JMS Connection Factories) are described in the section Configure AQ Destinations  of the Oracle® Fusion Middleware Configuring and Managing JMS for Oracle WebLogic Server document mentioned earlier. In this example, the remote JNDI name used is   XAQueueConnectionFactory  because it matches the AQ and data source created earlier, i.e. thin with AQ. Navigate to JMS Modules > AqJmsModule > AqJmsForeignServer > Connection Factories then New.Name: AqJmsForeignServerConnectionFactory Local JNDI Name: AqJmsForeignServerConnectionFactory Note: this local JNDI name is the JNDI name which your client application, e.g. a later BPEL process, will use to access this connection factory. Remote JNDI Name: XAQueueConnectionFactory Press OK to save the configuration. Configure an AQ JMS Foreign Server Destination A foreign server destination maps the JNDI name on the foreign JNDI provider to the respective local JNDI name, allowing the foreign JNDI name to be accessed via the local server. As with the foreign server connection factory, the local JNDI name is arbitrary (but must be unique), but the remote JNDI name must conform to a specific format defined in the section Configure AQ Destinations  of the Oracle® Fusion Middleware Configuring and Managing JMS for Oracle WebLogic Server document mentioned earlier. In our example, the remote JNDI name is Queues/USERQUEUE , because it references a queue (as opposed to a topic) with the name USERQUEUE. We will name the local JNDI name queue/USERQUEUE, which is a little confusing (note the missing “s” in “queue), but conforms better to the JNDI nomenclature in our SOA server and also allows us to differentiate between the local and remote names for demonstration purposes. Navigate to JMS Modules > AqJmsModule > AqJmsForeignServer > Destinations and select New.Name: AqJmsForeignDestination Local JNDI Name: queue/USERQUEUE Remote JNDI Name:Queues/USERQUEUE After saving the foreign destination configuration, this completes the JMS part of the configuration. We still need to configure the JMS adapter in order to be able to access the queue from a BPEL processt. 4. Create a JMS Adapter Connection Pool in Weblogic Server Create the Connection Pool Access to the AQ JMS queue from a BPEL or other SOA process in our example is done via a JMS adapter. To enable this, the JmsAdapter in WebLogic server needs to be configured to have a connection pool which points to the local connection factory JNDI name which was created earlier. Navigate to Deployments > Next and select (click on) the JmsAdapter. Select Configuration > Outbound Connection Pools and New. Check the radio button for oracle.tip.adapter.jms.IJmsConnectionFactory and press Next. JNDI Name: eis/aqjms/UserQueue Press Finish Expand oracle.tip.adapter.jms.IJmsConnectionFactory and click on eis/aqjms/UserQueue to configure it. The ConnectionFactoryLocation must point to the foreign server’s local connection factory name created earlier. In our example, this is AqJmsForeignServerConnectionFactory . As a reminder, this connection factory is located under JMS Modules > AqJmsModule > AqJmsForeignServer > Connection Factories and the value needed here is under Local JNDI Name. Enter AqJmsForeignServerConnectionFactory  into the Property Value field for ConnectionFactoryLocation. You must then press Return/Enter then Save for the value to be accepted. If your WebLogic server is running in Development mode, you should see the message that the changes have been activated and the deployment plan successfully updated. If not, then you will manually need to activate the changes in the WebLogic server console.Although the changes have been activated, the JmsAdapter needs to be redeployed in order for the changes to become effective. This should be confirmed by the message Remember to update your deployment to reflect the new plan when you are finished with your changes. Redeploy the JmsAdapter Navigate back to the Deployments screen, either by selecting it in the left-hand navigation tree or by selecting the “Summary of Deployments” link in the breadcrumbs list at the top of the screen. Then select the checkbox next to JmsAdapter and press the Update button. On the Update Application Assistant page, select “Redeploy this application using the following deployment files” and press Finish. After a few seconds you should get the message that the selected deployments were updated. The JMS adapter configuration is complete and it can now be used to access the AQ JMS queue. You can verify that the JNDI name was created correctly, by navigating to Environment > Servers > soa_server1 and View JNDI Tree. Then scroll down in the JNDI Tree Structure to eis and select aqjms. • Using VLOOKUP in Excel

  VLOOKUP is one of Excel’s most useful functions, and it’s also one of the least understood.  In this article, we demystify VLOOKUP by way of a real-life example.  We’ll create a usable Invoice Template for a fictitious company. So what is VLOOKUP?  Well, of course it’s an Excel function.  This article will assume that the reader already has a passing understanding of Excel functions, and can use basic functions such as SUM, AVERAGE, and TODAY.  In its most common usage, VLOOKUP is a database function, meaning that it works with database tables – or more simply, lists of things in an Excel worksheet.  What sort of things?   Well, any sort of thing.  You may have a worksheet that contains a list of employees, or products, or customers, or CDs in your CD collection, or stars in the night sky.  It doesn’t really matter. Here’s an example of a list, or database.  In this case it’s a list of products that our fictitious company sells: Usually lists like this have some sort of unique identifier for each item in the list.  In this case, the unique identifier is in the “Item Code” column.  Note:  For the VLOOKUP function to work with a database/list, that list must have a column containing the unique identifier (or “key”, or “ID”), and that column must be the first column in the table.  Our sample database above satisfies this criterion. The hardest part of using VLOOKUP is understanding exactly what it’s for.  So let’s see if we can get that clear first: VLOOKUP retrieves information from a database/list based on a supplied instance of the unique identifier. Put another way, if you put the VLOOKUP function into a cell and pass it one of the unique identifiers from your database, it will return you one of the pieces of information associated with that unique identifier.  In the example above, you would pass VLOOKUP an item code, and it would return to you either the corresponding item’s description, its price, or its availability (its “In stock” quantity).  Which of these pieces of information will it pass you back?  Well, you get to decide this when you’re creating the formula. If all you need is one piece of information from the database, it would be a lot of trouble to go to to construct a formula with a VLOOKUP function in it.  Typically you would use this sort of functionality in a reusable spreadsheet, such as a template.  Each time someone enters a valid item code, the system would retrieve all the necessary information about the corresponding item. Let’s create an example of this:  An Invoice Template that we can reuse over and over in our fictitious company. First we start Excel… …and we create ourselves a blank invoice: This is how it’s going to work:  The person using the invoice template will fill in a series of item codes in column “A”, and the system will retrieve each item’s description and price, which will be used to calculate the line total for each item (assuming we enter a valid quantity). For the purposes of keeping this example simple, we will locate the product database on a separate sheet in the same workbook: In reality, it’s more likely that the product database would be located in a separate workbook.  It makes little difference to the VLOOKUP function, which doesn’t really care if the database is located on the same sheet, a different sheet, or a completely different workbook. In order to test the VLOOKUP formula we’re about to write, we first enter a valid item code into cell A11: Next, we move the active cell to the cell in which we want information retrieved from the database by VLOOKUP to be stored.  Interestingly, this is the step that most people get wrong.  To explain further:  We are about to create a VLOOKUP formula that will retrieve the description that corresponds to the item code in cell A11.  Where do we want this description put when we get it?  In cell B11, of course.  So that’s where we write the VLOOKUP formula – in cell B11. Select cell B11: We need to locate the list of all available functions that Excel has to offer, so that we can choose VLOOKUP and get some assistance in completing the formula.  This is found by first clicking the Formulas tab, and then clicking Insert Function:   A box appears that allows us to select any of the functions available in Excel.  To find the one we’re looking for, we could type a search term like “lookup” (because the function we’re interested in is a lookup function).  The system would return us a list of all lookup-related functions in Excel.  VLOOKUP is the second one in the list.  Select it an click OK… The Function Arguments box appears, prompting us for all the arguments (or parameters) needed in order to complete the VLOOKUP function.  You can think of this box as the function is asking us the following questions: What unique identifier are you looking up in the database? Where is the database? Which piece of information from the database, associated with the unique identifier, do you wish to have retrieved for you? The first three arguments are shown in bold, indicating that they are mandatory arguments (the VLOOKUP function is incomplete without them and will not return a valid value).  The fourth argument is not bold, meaning that it’s optional:   We will complete the arguments in order, top to bottom. The first argument we need to complete is the Lookup_value argument.  The function needs us to tell it where to find the unique identifier (the item code in this case) that it should be retuning the description of.  We must select the item code we entered earlier (in A11). Click on the selector icon to the right of the first argument: Then click once on the cell containing the item code (A11), and press Enter: The value of “A11” is inserted into the first argument. Now we need to enter a value for the Table_array argument.  In other words, we need to tell VLOOKUP where to find the database/list.  Click on the selector icon next to the second argument: Now locate the database/list and select the entire list – not including the header line.  The database is located on a separate worksheet, so we first click on that worksheet tab: Next we select the entire database, not including the header line: …and press Enter.  The range of cells that represents the database (in this case “’Product Database’!A2:D7”) is entered automatically for us into the second argument. Now we need to enter the third argument, Col_index_num.  We use this argument to specify to VLOOKUP which piece of information from the database, associate with our item code in A11, we wish to have returned to us.  In this particular example, we wish to have the item’s description returned to us.  If you look on the database worksheet, you’ll notice that the “Description” column is the second column in the database.  This means that we must enter a value of “2” into the Col_index_num box: It is important to note that that we are not entering a “2” here because the “Description” column is in the B column on that worksheet.  If the database happened to start in column K of the worksheet, we would still enter a “2” in this field. Finally, we need to decide whether to enter a value into the final VLOOKUP argument, Range_lookup.  This argument requires either a true or false value, or it should be left blank.  When using VLOOKUP with databases (as is true 90% of the time), then the way to decide what to put in this argument can be thought of as follows: If the first column of the database (the column that contains the unique identifiers) is sorted alphabetically/numerically in ascending order, then it’s possible to enter a value of true into this argument, or leave it blank. If the first column of the database is not sorted, or it’s sorted in descending order, then you must enter a value of false into this argument As the first column of our database is not sorted, we enter false into this argument: That’s it!  We’ve entered all the information required for VLOOKUP to return the value we need.  Click the OK button and notice that the description corresponding to item code “R99245” has been correctly entered into cell B11: The formula that was created for us looks like this: If we enter a different item code into cell A11, we will begin to see the power of the VLOOKUP function:  The description cell changes to match the new item code: We can perform a similar set of steps to get the item’s price returned into cell E11.  Note that the new formula must be created in cell E11.  The result will look like this: …and the formula will look like this: Note that the only difference between the two formulae is the third argument (Col_index_num) has changed from a “2” to a “3” (because we want data retrieved from the 3rd column in the database). If we decided to buy 2 of these items, we would enter a “2” into cell D11.  We would then enter a simple formula into cell F11 to get the line total: =D11*E11 …which looks like this… Completing the Invoice Template We’ve learned a lot about VLOOKUP so far.  In fact, we’ve learned all we’re going to learn in this article.  It’s important to note that VLOOKUP can be used in other circumstances besides databases.  This is less common, and may be covered in future How-To Geek articles. Our invoice template is not yet complete.  In order to complete it, we would do the following: We would remove the sample item code from cell A11 and the “2” from cell D11.  This will cause our newly created VLOOKUP formulae to display error messages: We can remedy this by judicious use of Excel’s IF() and ISBLANK() functions.  We change our formula from this…       =VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE) …to this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE)) We would copy the formulas in cells B11, E11 and F11 down to the remainder of the item rows of the invoice.  Note that if we do this, the resulting formulas will no longer correctly refer to the database table.  We could fix this by changing the cell references for the database to absolute cell references.  Alternatively – and even better – we could create a range name for the entire product database (such as “Products”), and use this range name instead of the cell references.  The formula would change from this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE)) …to this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,Products,2,FALSE)) …and then copy the formulas down to the rest of the invoice item rows. We would probably “lock” the cells that contain our formulae (or rather unlock the other cells), and then protect the worksheet, in order to ensure that our carefully constructed formulae are not accidentally overwritten when someone comes to fill in the invoice. We would save the file as a template, so that it could be reused by everyone in our company If we were feeling really clever, we would create a database of all our customers in another worksheet, and then use the customer ID entered in cell F5 to automatically fill in the customer’s name and address in cells B6, B7 and B8.
