  • How to create Adhoc workflow in UCM

    UCM has an inbuilt workflow engine that can handle document centric workflow approval/rejection process to ensure the right set of assets go into the repository. Anybody who has gone through the documentation is aware that there are two types of work flows that can be defined using the Workflow Admin applet in UCM namely Criteria and Basic While criteria is an Automatic workflow  process based on certain metadata attributes (Security Group and One of the Metadata Fields) , basic workflow is a manual workflow that need to be initiated by the admin. Any workflow  that can be put on the white board can be translated into the UCM wokflow process and there are concepts like sub workflows, tokens, events. idoc scripting that be introduced to handle any kind of complex workflows. There is a specific Workflow Implementation guide that explains the concepts in detail. One of the standard queries i come across is how to handle adhoc workflows where at the time of contributing the content, the contributors would like to decide on the workflow to be initiated and the users to be picked for approval in each step, hence this post.This is what i want to acheive, i would like to display on my Checkin Screen on the kind of workflows that a contributor could choose from:Based on the Workflow the contributor chooses, the other metadata fields (Step One, Step Two and Step Three)  need to be filled in and these fields decide who the approvers are going to be.1. Create a criteria workflow called One_Step_Review2.create two tokens StepOne <$wfAddUser(xWorkflowStepOne, "user")$>,  OrginalAuthor  <$wfAddUser(wfGet("OriginalAuthor"), "user")$>View image3.create two steps in the work flow created (One_Step_Review)View image4. Edit Step1 of the Workflow and add the Step One token and select the review permissionView image5. In the exit conditions tab have atleast One reveiwerView image6. Open the configration manager applet and create a Metadata field Workflow with option list enabled and add the list of values as show hereView image11. Create another metadata field WorkflowStepOne with option list configured to the Users View. This shall display all the users registered with UCM, which when selected shall be associated with the tokens associated with the workflow. Refer the above token.View imageAs indicated in the above steps you could create multiple work flows and associate the custom metadata field values to the tokens so that the contributors can decide who can approve their  content.

  • My VS 2010 and ASP.NET 4 Talks Online

    The past 7 years I’ve done an annual all day event in Arizona – organized by the most excellent Scott Cate (who always does a phenomenal job organizing the event and making it a great one). Earlier this month I visited and presented 4+ hours of content covering VS 2010, ASP.NET 4 and ASP.NET MVC 2.  NextSlide.com – a great .NET shop local to Arizona who has a great product for sharing presentations – volunteered to record the talks and publish them for free using their online presentation tool.  The recordings they did turned out really, really great – and their online player (which combines slides + camera of me + demos in one experience) is awesome.  Below you can watch the first two segments of my event – which cover VS 2010 and ASP.NET 4 – for free online using the NextSlide.com player experience.  I’ll post a link to my ASP.NET MVC 2 segment a little later in a separate blog post.  If you’ve never seen my present these talks before and are interested in the content then I’d recommend checking them out – as these recordings do a really good job capturing them.   • The softer side of BPM

    BPM and RTD are great complementary technologies that together provide a much higher benefit than each of them separately. BPM covers the need for automating processes, making sure that there is uniformity, that rules and regulations are complied with and that the process runs smoothly and quickly processes the units flowing through it. By nature, this automation and unification can lead to a stricter, less flexible process. To avoid this problem it is common to encounter process definition that include multiple conditional branches and human input to help direct processing in the direction that best applies to the current situation. This is where RTD comes into play. The selection of branches and conditions and the optimization of decisions is better left in the hands of a system that can measure the results of its decisions in a closed loop fashion and make decisions based on the empirical knowledge accumulated through observing the running of the process.When designing a business process there are key places in which it may be beneficial to introduce RTD decisions. These are:Thresholds - whenever a threshold is used to determine the processing of a unit, there may be an opportunity to make the threshold "softer" by introducing an RTD decision based on predicted results. For example an insurance company process may have a total claim threshold to initiate an investigation. Instead of having that threshold, RTD could be used to help determine what claims to investigate based on the likelihood they are fraudulent, cost of investigation and effect on processing time.Human decisions - sometimes a process will let the human participants make decisions of flow. For example, a call center process may leave the escalation decision to the agent. While this has flexibility, it may produce undesired results and asymetry in customer treatment that is not based on objective functions but subjective reasoning by the agent. Instead, an RTD decision may be introduced to recommend escalation or other kinds of treatments.Content Selection - a process may include the use of messaging with customers. The selection of the most appropriate message to the customer given the content can be optimized with RTD.A/B Testing - a process may have optional paths for which it is not clear what populations they work better for. Rather than making the arbitrary selection or selection by committee of the option deeped the best, RTD can be introduced to dynamically determine the best path for each unit.In summary, RTD can be used to make BPM based process automation more dynamic and adaptable to the different situations encountered in processing. Effectively making the automation softer, less rigid in its processing.

  • SnagIt Live Writer Plug-in updated

    I've updated my free SnagIt Live Writer plug-in again as there have been a few issues with the new release of SnagIt 11. It appears that TechSmith has trimmed the COM object and removed a bunch of redundant functionality which has broken the older plug-in. I also updated the layout and added SnagIt's latest icons to the form. Finally I've moved the source code to Github for easier browsing and downloading for anybody interested and easier updating for me. This plug-in is not new - I created it a number of years back, but I use the hell out it both for my blogging and for a few internal apps that with MetaWebLogApi to update online content. The plug-in makes it super easy to add captured image content directly into a post and upload it to the server. What does it do? Once installed the plug-in shows up in the list of plug-ins. When you click it launches a SnagIt Capture Dialog: Typically you set the capture settings once, and then save your settings. After that a single click or ENTER press gets you off capturing. If you choose the Show in SnagIt preview window option, the image you capture is is displayed in the preview editor to mark up images, which is one of SnagIt's great strengths IMHO. The image editor has a bunch of really nice effects for framing and marking up and highlighting of images that is really sweet. Here's a capture from a previous image in the SnagIt editor where I applied the saw tooth cutout effect: Images are saved to disk and can optionally be deleted immediately, since Live Writer creates copies of original images in its own folders before uploading the files. No need to keep the originals around typically. The plug-in works with SnagIt Versions 7 and later. It's a simple thing of course - nothing magic here, but incredibly useful at least to me. If you're using Live Writer and you own a copy of SnagIt do yourself a favor and grab this and install it as a plug-in.   • Devoxx 2011 Trip Report + Pictures

    3350 attendees from 40 countries lived in "paradise" for 5 days last week. This paradise had 170+ rock star speakers delivering 200+ hours of technical content in about 150 sessions. And it truly was a paradise with a clear differentiation from other Java conferences. There were several Oracle speakers at the paradise covering the entire gamut of Java platform. I delivered a Java EE 6 hands-on lab (new content), showcased Java EE 7 and GlassFish 4.0 early work at the keynote, and participated in a panel to talk about Contexts and Dependency Injection. The demo in the keynote showed how to deploy a Java EE application in a managed environment. The demo showed a Conference Planner application that can be used by conference organizers to display sessions, tracks, and speaker information. This same application can be deployed and display data from JavaOne 2011 or Devoxx 2011 based upon the SQL chosen for database initialization. If javaone-sf-2011.sql is chosen for datbase initialization then the application looks like as shown: If devoxx-2011.sql is chosen then the application looks like as shown: And of course, clicking on Tracks, Speakers, Sessions shows you information from the respective conference.     I can use mod_rewrite to redirect /dynamic.php/xyz.php to /dynamic.php and then server different content for xyz.php using $_SERVER - where xyz.php is any arbitrary filename requested by a client. No problem so far. When a client connects to my WebDAV server they can list the contents of a directory, eg / or /dynamic.php/ - how do I intercept this request so I can dynamically generate a list of available files for the client (which requests this list using PROPFIND)?

  • Error occurred in deployment step ‘Add Solution’: Value does not fall within the expected range.

    I got this error when I deploy a new content type into SharePoint2010.This error message is not very helpful after a few hours of hard work, I find out there is a dash(-) in my contentID.It happen when I generate GUID using visual studio tool and copy it to the ID and forgot to delete the dash. After correct this, I press deploy again, it works like charm. If you got this error double-check your contentID. If you are not quite sure what is a Valid contentTypeID, check the MSDN documentation here.

  • Improving CSS With .LESS

    Cascading Style Sheets, or CSS, is a syntax used to describe the look and feel of the elements in a web page. CSS allows a web developer to separate the document content - the HTML, text, and images - from the presentation of that content. Such separation makes the markup in a page easier to read, understand, and update; it can result in reduced bandwidth as the style information can be specified in a separate file and cached by the browser; and makes site-wide changes easier to apply. For a great example of the flexibility and power of CSS, check out CSS Zen Garden. This website has a single page with fixed markup, but allows web developers from around the world to submit CSS rules to define alternate presentation information. Unfortunately, certain aspects of CSS's syntax leave a bit to be desired. Many style sheets include repeated styling information because CSS does not allow the use of variables. Such repetition makes the resulting style sheet lengthier and harder to read; it results in more rules that need to be changed when the website is redesigned to use a new primary color. Specifying inherited CSS rules, such as indicating that a elements (i.e., hyperlinks) in h1 elements should not be underlined, requires creating a single selector name, like h1 a. Ideally, CSS would allow for nested rules, enabling you to define the a rules directly within the h1 rules. .LESS is a free, open-source port of Ruby's LESS library. LESS (and .LESS, by extension) is a parser that allows web developers to create style sheets using new and improved language features, including variables, operations, mixins, and nested rules. Behind the scenes, .LESS converts the enhanced CSS rules into standard CSS rules. This conversion can happen automatically and on-demand through the use of an HTTP Handler, or done manually as part of the build process. Moreover, .LESS can be configured to automatically minify the resulting CSS, saving bandwidth and making the end user's experience a snappier one.   • Brighton Rocks: UA Europe 2011

    User Assistance Europe 2011 was held in Brighton, UK. Having seen Quadrophenia a dozen times, I just had to go along (OK, I wanted to talk about messages in enterprise applications). Sadly, it rained a lot, though that was still eminently more tolerable than being stuck home in Dublin during Bloomsday. So, here are my somewhat selective highlights and observations from the conference, massively skewed towards my own interests, as usual. Enjoyed Leah Guren's (Cow TC) great start ‘keynote’ on the Cultural Dimensions of Software Help Usage. Starting out by revisiting Hofstede's and Hall's work on culture (how many times I have done this for Multilingual magazine?) and then Neilsen’s findings on age as an indicator of performance, Leah showed how it is the expertise of the user that user assistance (UA) needs to be designed for (especially for high-end users), with some considerations made for age, while the gender and culture of users are not major factors. Help also needs to be contextual and concise, embedded close to the action. That users are saying things like “If I want help on Office, I go to Google ” isn't all that profound at this stage, but it is always worth reiterating how search can be optimized to return better results for users. Interestingly, regardless of user education level, the issue of information quality--hinging on the lynchpin of terminology reflecting that of the user--is critical. Major takeaway for me there. Matthew Ellison’s sessions on embedded help and demos were also impressive. Embedded help that is concise and contextual is definitely a powerful UX enabler, and I’m pleased to say that in Oracle Fusion Applications we have embraced the concept fully. Matthew also mentioned in his session about successful software demos that the principle of modality with demos is a must. Look no further than Oracle User Productivity Kit demos See It!, Try It!, Know It, and Do It! modes, for example. I also found some key takeaways in the presentation by Marie-Louise Flacke on notes and warnings. Here, legal considerations seemed to take precedence over providing any real information to users. I was delighted when Marie-Louise called out the Oracle JDeveloper documentation as an exemplar of how to use notes and instructions instead of trying to scare the bejaysus out of people and not providing them with any real information they’d find useful instead. My own session on designing messages for enterprise applications was well attended. Knowing your user profiles (remember user expertise is the king maker for UA so write for each audience involved), how users really work, the required application business and UI rules, what your application technology supports, and how messages integrate with the enterprise help desk and support policies and you will go much further than relying solely on the guideline of "writing messages in plain language". And, remember the value in warnings and confirmation messages too, and how you can use them smartly. I hope y’all got something from my presentation and from my answers to questions afterwards. Ellis Pratt stole the show with his presentation on applying game theory to software UA, using plenty of colorful, relevant examples (check out the Atlassian and DropBox approaches, for example), and striking just the right balance between theory and practice. Completely agree that the approach to take here is not to make UA itself a game, but to invoke UA as part of a bigger game dynamic (time-to-task completion, personal and communal goals, personal achievement and status, and so on). Sure there are gotchas and limitations to gamification, and we need to do more research. However, we'll hear a lot more about this subject in coming years, particularly in the enterprise space. I hope. I also heard good things about the different sessions about DITA usage (including one by Sonja Fuga that clearly opens the door for major innovation in the community content space using WordPress), the progressive disclosure of information (Cerys Willoughby), an overview of controlled language (or "information quality", as I like to position it) solutions and rationale by Dave Gash, and others. I also spent time chatting with Mike Hamilton of MadCap Software, who showed me a cool demo of their Flare product, and the Lingo translation solution. I liked the idea of their licensing model for workers-on-the-go; that’s smart UX-awareness in itself. Also chatted with Julian Murfitt of Mekon about uptake of DITA in the enterprise space. In all, it's worth attending UA Europe. I was surprised, however, not to see conference topics about mobile UA, community conversation and content, and search in its own right. These are unstoppable forces now, and the latter is pretty central to providing assistance now to all but the most irredentist of hard-copy fetishists or advanced technical or functional users working away on the back end of applications and systems. Only saw one iPad too (says the guy who carries three laptops). Tweeting during the conference was pretty much nonexistent during the event, so no community energy there. Perhaps all this can be addressed next year. I would love to see the next UA Europe event come to Dublin (despite Bloomsday, it's not a bad place place, really) now that hotels are so cheap and all. So, what is my overall impression of the state of user assistance in Europe? Clearly, there are still many people in the industry who feel there is something broken with the traditional forms of user assistance (particularly printed doc) and something needs to be done about it. I would suggest they move on and try and embrace change, instead. Many others see new possibilities, offered by UX and technology, as well as the reality of online user behavior in an increasingly connected world and that is encouraging. Such thought leaders need to be listened to. As Ellis Pratt says in his great book, Trends in Technical Communication - Rethinking Help: “To stay relevant means taking a new perspective on the role (of technical writer), and delivering “products” over and above the traditional manual and online Help file... there are a number of new trends in this field - some complementary, some conflicting. Whatever trends emerge as the norm, it’s likely the status quo will change.” It already has, IMO. I hear similar debates in the professional translation world about the onset of translation crowd sourcing (the Facebook model) and machine translation (trust me, that battle is over). Neither of these initiatives has put anyone out of a job and probably won't, though the nature of the work might change. If anything, such innovations have increased the overall need for professional translators as user expectations rise, new audiences emerge, and organizations need to collate and curate user-generated content, combining it with their own. Perhaps user assistance professionals can learn from other professions and grow accordingly.
