• How to set up a SPF record?

  The clients on my VPS are all getting spammed. The spam seemingly comes from their own email addresses - it is clear that somehow something got into my VPS and was able to capture all the email addresses that existed and is now using them to send spam. I was advised to set up a SPF record, but I am unsure what this is or how to go about it. After reading, I have figured out how to create one in CPanel, but I cannot find what to do with it now. Do I copy it into somewhere in my DNS records in Zone Management? Can anyone point me in the right direction?

  I've got several Ubuntu 10.10 servers which should all be set to do automatic security updates. Is there any way I could get them to send me an email when they apply updates (particularly if they fail)? I'm using r-u-on to monitor availability, disk space etc but the security updates are very important and I don't have a good way to monitor them. I could possibly script something myself but I figured it's the kind of thing that's probably been solved many times already.

• Access the failing addresses within bounce_message_file in exim

  We are running exim version 4.72 I'm using bounce_message_file to customize our bounce messages, like desribed in the documentation Within this bounce message template I can access various variables like $message_exim_id, etc. Is there also a way to access the list of the failing addresses (maybe with their error messages) in such a variable (as string, list,... whatever) or in any other way? It does not really matter how and in which format they are, I just want access them within the bounce message template file. (I am referencing to the failed addresses usually listed automatically after the line "This is a permanent error. The following address(es) failed:") Thank you very much for your help!

• Do you know a good html mailing list management software with admin levels?

  I'm basically looking for a program/app/script (can be commercial) which I can ideally install on a windows server (we can run asp, asp.net php mssql) we have different groups of people who send newsletters to web members, I want to bring it all into one app which I can monitor and control. Ideally it would be able to create html newsletters, (with some templates) track emails and click throughs. Manage email lists subscribe/unsubscribes. And importantly have different levels of admin, so a newsletter creator could log in and create and send off an email, it goes into a queue where a communications editor can have an overview of all newsletters and approve the sending of the emails or edit them before they are sent off. before I start coding something up myself I thought I'd ask if anyone has any advice!   For testing emails I don't want to actually send an email out (and can't anyway as ISP blocks port 25). I have installed Sendmail, and what I want to do is install a mail server on the same pc that is sending the email which I can simply send the emails to, and receive them on my pc. so I am looking for a couple of guides. install and configure sendmail correctly for this. install and configure a mail server correctly for this. setup mail client (evolution) to connect to the mail server Can anyone help with this?

• Switch Hosts With Gmail Account Attached

  Hi, I am transferring a client from their old host to my new one. Their domain-based gmail/apps account was connected to their old host, so when I changed the domain's name servers to the new host, naturally the gmail account stopped working. So I added the 7 MX records tho the new host's DNS and verified I own the domain on the new host's FTP but the email still isn't working. Is there something I'm missing? I added the MX records to the new host about two hours ago, is it possible it just takes longer than that? Also, outgoing mail seems to work. Members of the domain can't receive email though, just sends back an error. Thanks, Wade

For some weird reason google analytics shows a 49.7 percent bounce rate - I'm quite suprised as to why and how is this possible. For various reasons, my client would like to be able to have a copy of all of the emails sent from their employees BCC'd to them. The net effect here would be similar to the access they would have if they hosted their email through Exchange but the business is too small to make this a feasible option. They are currently hosted through GoDaddy. I have not investigated it myself personally but apparently GoDaddy can do something along these lines for all incoming email but not for outgoing email. Is there a way to set up email accounts for a particular domain to where a specified admin user could be copied on all outgoing email?

• Will Hotmail DELIVER to spam-friendly ISP?

  I have a user who is using Hotmail to communicate with one of our suppliers. Recently, Hotmail started bouncing emails to that address (while other ISPs are working fine.) Hotmail bounce messages contain very little details. Investigating, I found that the supplier's ISP has appeared on a blacklist of ISPs who do not do enough to prevent spamming from their users. (Note: Neither my user nor the supplier are mass-mailing.) In the circumstances, I can understand Hotmail declining to accept emails from the host, or accepting them but being quick to mark them as spam. However, I am surprised that they might refuse delivery. Does this sound plausible to you, or am I barking up the wrong tree?

  I use postfix to send direct email. But, I use a relay to send email for specific senders. So I use "sender_dependent_relayhost_maps" : /etc/postfix/main.cf : relayhost = transport_maps = hash:/etc/postfix/transport smtp_sender_dependent_authentication = yes sender_dependent_relayhost_maps = hash:/etc/postfix/sender_relay /etc/postfix/sender_relay : [email protected] smtp.relay.com So when I send an email with sender email "[email protected]", postfix will use the relay. But... I don't want to use the relay host for some recipient. ;) I think I must use "transport_map" to catch the email before it pass through "sender_dependent_relayhost_maps" but I don't know how to do it...   Hello I cannot copy photos and paste them from a word document into the text of an email on my Sony Laptop having already substantially redcued the size of the photos using Microsoft Office Picture Manager. I can readily manage to perform this functjon from my work place PC but am presently working mostly from home. I am trying to email photos and text using a btinternet.com email address but have checked that I cannot perform the task using my alternate googlemail email address either. I can obviously highlight the relevant photographs but whenever I try to copy or cut them into the email text the paste function is disabled. Assistance would be much appreciated. Kind regards Simon

  I am able to send email to individual users but when not when they are in a distribution group. When I do I get this report. The message could not be delivered because the recipient's destination email system is unknown or invalid. Please check the address and try again, or contact your system administrator to verify connectivity to the email system of the recipient. #5.3.1 However, like I said before I can select their name from the GAL and send mail that way. Their email address is exactly the same in both the GAL and distribution group. The only difference is these users have external email addresses. Windows Server 2003 Exchange Server 2003 Outlook 2007 and 2010.

  Hi all, I asked a question regarding email delays a few months ago, and I think I found a workaround. I changed our email from "[email protected]" to "[email protected]", and it seems to work instantly again. After reading some articles, I believe this could be due to some form of greylisting, though some servers might call it something else -- if a server like yahoo or gmail receive email from a server that it is not used to receiving email from, then sometimes the delay occurs. But a name such as yahoo, gmail, which requires a user to sign up manually -- this delay can be avoided. My question is this: does anyone know more about this issue -- especially since it would be nice to send an email from our own site, instead of needing to use a whitelisted server? Thanks!

  My knowledge of mail delivery systems is near ZERO I have stand alone PC running UBUNTU 12.04 (no other OP systems) I am developing a web system with PHP and want to send an email to users that have registered. I have installed POSTFIX and set it up to work with GMAIL (I hope correctly) My little test program appears to send the email but it does not arrive at destination. Is there some special code for SMTP or something else needed to install? Please can you give me step by step instructions of what must be installed.   Hello, I don't know if this will make any sense to you; but here goes. When I send an email and I get a response, more often than not, in the 'to:' is my email address. However, my email address also ends up in the 'from' column.The 'reply-from' address is nowhere to be found;so I don't have any address with which I can send my reply, as both of them have just my email address. What am I doing wrong here? Is there some set-up in my TOOLOPTIONS set-up incorrectly? The set-up in OPTIONS is pretty difficult to understand and it doesn't offer any 'to' or 'reply-from' choices. • WHM local/external mail server confusion

  We host several websites on the same server using WHM but this seems to confuse the mail routing when someone has their own external mail servers - it looks locally. We have our own email accounts hosted on the server. When creating an account for a client on the same server WHM adds the default entries to the DNS for that account. However this client has their own mail servers elsewhere. But when sending them an email it never reaches that external server - it just sees the local, incorrect one. I realise I can update my DNS to point to the external server, but this means I am copying their settings and if they are changed, then I will also need to update mine. Are there some settings I can use to force it to use the external servers without having to copy the settings.

  I have a website, thebleudoor.com. It is hosted by yahoo. It gets 2000-3000 hits a day and has been for at least 5 years. A few months ago, as admin of the website, I started getting bounced back emails from newly created emails like [email protected]. Yahoo only shows 2 emails for my account. They said they can't do anything about it. Now, my "spam hacked email accounts" are getting spam. They haven't altered or used my website or email or bank info, just the good name of my website. Is there anything I can do? Do I need to be concerned? Changing my provider won't really help will it? Thank you.

  In postfix, I'd like a way to deal with e-mail accounts that are no longer active by having postfix send the standard "Recipient address rejected" type message, but still forwarding the e-mail to another user. Thus, if someone sends an e-mail to [email protected], it will bounce the message back to the sender for future reference, but the mail will still get forwarded to [email protected] to deal with. .vacation and / or .forward files let me down because they will either reply or forward, but not both.
