  • Using VLOOKUP in Excel

    VLOOKUP is one of Excel’s most useful functions, and it’s also one of the least understood.  In this article, we demystify VLOOKUP by way of a real-life example.  We’ll create a usable Invoice Template for a fictitious company. So what is VLOOKUP?  Well, of course it’s an Excel function.  This article will assume that the reader already has a passing understanding of Excel functions, and can use basic functions such as SUM, AVERAGE, and TODAY.  In its most common usage, VLOOKUP is a database function, meaning that it works with database tables – or more simply, lists of things in an Excel worksheet.  What sort of things?   Well, any sort of thing.  You may have a worksheet that contains a list of employees, or products, or customers, or CDs in your CD collection, or stars in the night sky.  It doesn’t really matter. Here’s an example of a list, or database.  In this case it’s a list of products that our fictitious company sells: Usually lists like this have some sort of unique identifier for each item in the list.  In this case, the unique identifier is in the “Item Code” column.  Note:  For the VLOOKUP function to work with a database/list, that list must have a column containing the unique identifier (or “key”, or “ID”), and that column must be the first column in the table.  Our sample database above satisfies this criterion. The hardest part of using VLOOKUP is understanding exactly what it’s for.  So let’s see if we can get that clear first: VLOOKUP retrieves information from a database/list based on a supplied instance of the unique identifier. Put another way, if you put the VLOOKUP function into a cell and pass it one of the unique identifiers from your database, it will return you one of the pieces of information associated with that unique identifier.  In the example above, you would pass VLOOKUP an item code, and it would return to you either the corresponding item’s description, its price, or its availability (its “In stock” quantity).  Which of these pieces of information will it pass you back?  Well, you get to decide this when you’re creating the formula. If all you need is one piece of information from the database, it would be a lot of trouble to go to to construct a formula with a VLOOKUP function in it.  Typically you would use this sort of functionality in a reusable spreadsheet, such as a template.  Each time someone enters a valid item code, the system would retrieve all the necessary information about the corresponding item. Let’s create an example of this:  An Invoice Template that we can reuse over and over in our fictitious company. First we start Excel… …and we create ourselves a blank invoice: This is how it’s going to work:  The person using the invoice template will fill in a series of item codes in column “A”, and the system will retrieve each item’s description and price, which will be used to calculate the line total for each item (assuming we enter a valid quantity). For the purposes of keeping this example simple, we will locate the product database on a separate sheet in the same workbook: In reality, it’s more likely that the product database would be located in a separate workbook.  It makes little difference to the VLOOKUP function, which doesn’t really care if the database is located on the same sheet, a different sheet, or a completely different workbook. In order to test the VLOOKUP formula we’re about to write, we first enter a valid item code into cell A11: Next, we move the active cell to the cell in which we want information retrieved from the database by VLOOKUP to be stored.  Interestingly, this is the step that most people get wrong.  To explain further:  We are about to create a VLOOKUP formula that will retrieve the description that corresponds to the item code in cell A11.  Where do we want this description put when we get it?  In cell B11, of course.  So that’s where we write the VLOOKUP formula – in cell B11. Select cell B11: We need to locate the list of all available functions that Excel has to offer, so that we can choose VLOOKUP and get some assistance in completing the formula.  This is found by first clicking the Formulas tab, and then clicking Insert Function:   A box appears that allows us to select any of the functions available in Excel.  To find the one we’re looking for, we could type a search term like “lookup” (because the function we’re interested in is a lookup function).  The system would return us a list of all lookup-related functions in Excel.  VLOOKUP is the second one in the list.  Select it an click OK… The Function Arguments box appears, prompting us for all the arguments (or parameters) needed in order to complete the VLOOKUP function.  You can think of this box as the function is asking us the following questions: What unique identifier are you looking up in the database? Where is the database? Which piece of information from the database, associated with the unique identifier, do you wish to have retrieved for you? The first three arguments are shown in bold, indicating that they are mandatory arguments (the VLOOKUP function is incomplete without them and will not return a valid value).  The fourth argument is not bold, meaning that it’s optional:   We will complete the arguments in order, top to bottom. The first argument we need to complete is the Lookup_value argument.  The function needs us to tell it where to find the unique identifier (the item code in this case) that it should be retuning the description of.  We must select the item code we entered earlier (in A11). Click on the selector icon to the right of the first argument: Then click once on the cell containing the item code (A11), and press Enter: The value of “A11” is inserted into the first argument. Now we need to enter a value for the Table_array argument.  In other words, we need to tell VLOOKUP where to find the database/list.  Click on the selector icon next to the second argument: Now locate the database/list and select the entire list – not including the header line.  The database is located on a separate worksheet, so we first click on that worksheet tab: Next we select the entire database, not including the header line: …and press Enter.  The range of cells that represents the database (in this case “’Product Database’!A2:D7”) is entered automatically for us into the second argument. Now we need to enter the third argument, Col_index_num.  We use this argument to specify to VLOOKUP which piece of information from the database, associate with our item code in A11, we wish to have returned to us.  In this particular example, we wish to have the item’s description returned to us.  If you look on the database worksheet, you’ll notice that the “Description” column is the second column in the database.  This means that we must enter a value of “2” into the Col_index_num box: It is important to note that that we are not entering a “2” here because the “Description” column is in the B column on that worksheet.  If the database happened to start in column K of the worksheet, we would still enter a “2” in this field. Finally, we need to decide whether to enter a value into the final VLOOKUP argument, Range_lookup.  This argument requires either a true or false value, or it should be left blank.  When using VLOOKUP with databases (as is true 90% of the time), then the way to decide what to put in this argument can be thought of as follows: If the first column of the database (the column that contains the unique identifiers) is sorted alphabetically/numerically in ascending order, then it’s possible to enter a value of true into this argument, or leave it blank. If the first column of the database is not sorted, or it’s sorted in descending order, then you must enter a value of false into this argument As the first column of our database is not sorted, we enter false into this argument: That’s it!  We’ve entered all the information required for VLOOKUP to return the value we need.  Click the OK button and notice that the description corresponding to item code “R99245” has been correctly entered into cell B11: The formula that was created for us looks like this: If we enter a different item code into cell A11, we will begin to see the power of the VLOOKUP function:  The description cell changes to match the new item code: We can perform a similar set of steps to get the item’s price returned into cell E11.  Note that the new formula must be created in cell E11.  The result will look like this: …and the formula will look like this: Note that the only difference between the two formulae is the third argument (Col_index_num) has changed from a “2” to a “3” (because we want data retrieved from the 3rd column in the database). If we decided to buy 2 of these items, we would enter a “2” into cell D11.  We would then enter a simple formula into cell F11 to get the line total: =D11*E11 …which looks like this… Completing the Invoice Template We’ve learned a lot about VLOOKUP so far.  In fact, we’ve learned all we’re going to learn in this article.  It’s important to note that VLOOKUP can be used in other circumstances besides databases.  This is less common, and may be covered in future How-To Geek articles. Our invoice template is not yet complete.  In order to complete it, we would do the following: We would remove the sample item code from cell A11 and the “2” from cell D11.  This will cause our newly created VLOOKUP formulae to display error messages: We can remedy this by judicious use of Excel’s IF() and ISBLANK() functions.  We change our formula from this…       =VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE) …to this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE)) We would copy the formulas in cells B11, E11 and F11 down to the remainder of the item rows of the invoice.  Note that if we do this, the resulting formulas will no longer correctly refer to the database table.  We could fix this by changing the cell references for the database to absolute cell references.  Alternatively – and even better – we could create a range name for the entire product database (such as “Products”), and use this range name instead of the cell references.  The formula would change from this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE)) …to this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,Products,2,FALSE)) …and then copy the formulas down to the rest of the invoice item rows. We would probably “lock” the cells that contain our formulae (or rather unlock the other cells), and then protect the worksheet, in order to ensure that our carefully constructed formulae are not accidentally overwritten when someone comes to fill in the invoice. We would save the file as a template, so that it could be reused by everyone in our company If we were feeling really clever, we would create a database of all our customers in another worksheet, and then use the customer ID entered in cell F5 to automatically fill in the customer’s name and address in cells B6, B7 and B8.   • Turn Non-Resizeable Windows into Rezieable Windows

    Are you frustrated with Windows app windows that can not be resized at all? Now you can apply some “attitude adjustment” and resize those windows with ResizeEnable. Before Everyone is familiar with the many app windows in their Windows OS that simply can not be resized. What you need is cooperation, not attitude. For our example we chose the “Taskbar and Start Menu Properties Window”…notice the cursor in the lower right corner. No resizing satisfaction available at all… After The program comes in a zip file with three files as shown here. Once you have unzipped the program place it in an appropriate “Program Files Folder”, create a shortcut, and you are ready to go. There will be a “System Tray Icon” with only two “Context Menu” items…“About & Quit”. Here is a quick look at the “About Window” that tells you exactly what ResizeEnable does. Notice that it does state that you may occasionally have a window that may not respond correctly. Now back to our “Taskbar and Start Menu Properties Window”. Notice the resizing cursor in the lower right corner….time for some fun! During our test the “Taskbar and Start Menu Properties Window” was suddenly a dream to resize. Daring to stretch the window even further…now that is what you call “stretching” the window out in comparison to its’ original size! Think of all the windows that will be much easier to work with now… Conclusion If you have been frustrated with non-resizeable windows then ResizeEnable will certainly bring a smile to your face as you watch those windows suddenly become a lot more cooperative. This is definitely one app that is worth adding to your system.   • How to Add Proprietary Drivers to Ubuntu 10.04

    Does the hardware on your Ubuntu system need proprietary drivers work at peak performance?  Today we take a look how easy version 10.04 makes it to install them. Ubuntu 10.04 finally automatically recognizes and installs drivers for most hardware today, it even recognized and configured Wi-Fi drivers correctly every time in our tests.  This is in contrast to the past, when it was often difficult to get hardware to work in Linux.  However, most video cards still need proprietary drivers from their manufacturer to get full hardware video acceleration. Even though Ubuntu doesn’t include any non-open source components, it still makes it easy to install proprietary drivers if you wish.  When you first install and boot into Ubuntu, you may see a popup informing you that “restricted” drivers are available. You may see a notification asking you if you’d like to install optional drivers from your graphics card manufacturer when you try to enable advanced desktop effects.  Click Enable to directly install the drivers right there. Or, you can select the tray icon from the first popup, and click Install drivers. Alternately, if the tray icon has disappeared, click System, then Administration, and select Hardware Drivers.   This will open a dialog showing all the proprietary drivers available for your system, which may include drivers for your video card and other hardware depending on your computer.  Select the driver you wish to install, and click Activate. Enter your password, and then Ubuntu will download and install the driver without any more input.  After installation you may be prompted to reboot your system. Now, you should be able to take full advantage of your hardware, including fancy desktop effects with hardware acceleration. If you ever wish to remove these drivers, simply re-open the drivers dialog as above, select the driver, and click Remove.  Once again, a reboot may be required to finish the process. Conclusion Ubuntu has definitely made it easier to use Linux on your desktop computer, no matter what hardware you have.  If your video card or other hardware require proprietary drivers, it makes them available and simple to install.  And, best of all, all of your drivers stay updated with your software updates, so you can be sure you’re always running the latest.   • Watch YouTube in Windows 7 Media Center

    Have you been looking for a way to watch your favorite viral videos from YouTube and Dailymotion from the couch? Today we take a look at an easy to use plugin which allows you to watch streaming video in Windows 7 Media Center. Install Macrotube The first thing we need to do is download and install the plugin called Macrotube (link below) following the defaults through the install wizard. After it’s installed, open Windows 7 Media Center and you’ll find Macrotube in the main menu. Currently there are three services available…YouTube, Dailymotion, and MSN Soapbox. Just select the service where you want to check out some videos. You can browse through different subjects or categories… Or you can search the the service by typing in what you’re looking for…with your remote or keyboard. There is the ability to drill down you search content by date, rating, views, and relevance. There are a few settings available such as the language beta, auto updates, and appearance. Now just kick back and browse through the different services and watch what you want from the comfort of your couch or on your computer. Conclusion This neat project is still in development and the developer is continuing to add changes through updates. It only works with Windows 7 Media Player, but there is a 32 & 64-bit version. Sometimes we experiences certain videos that wouldn’t play and it did crash a few times, but that is to be expected with a work in progress. But overall, this is a cool plugin that will allow you to watch your favorite online content from WMC.   • Enable Media Streaming in Windows Home Server to Windows Media Player

    One of the cool features of Windows Home Server is the ability to stream photos, music, and video to other computers on your network. Today we take a look at how to enable streaming in WHS to Windows Media Player in Vista and Windows 7. Turn on Media Streaming on WHS To enable Media Streaming from Windows Home Server, open the Windows Home Server Console and click on Settings. Now in the Setting screen select Media Sharing, then in the right column under Media Library Sharing turn on Library Sharing for the folders you want to stream.   If you have a Windows 7 machine on your network make sure media streaming is enabled. You should then see the server under Other Libraries and can start streaming your media collection.   Stream Video to Media Player 11 Now let’s say you want to stream videos to another member of your household who’s using a Vista machine in another room through Windows Media Player 11. Open WMP and click on Library then Media Sharing. Now click the box next to Find media that others are sharing then click Ok. Now you should see the server listed under Library…where in this example it’s geekserver. Since we only enabled Video streaming for this example, we need to click on the category icon and select Video. Now you can scroll through the available videos… And start enjoying your favorite videos streamed from the server through WMP 11 on Vista. Of course you can use this method to stream photos and music as well, you just need to enable what you want to stream from the Home Server Console. You can also stream your media to Windows Media Center and Xbox which we will be covering soon.   • Manage Files Easier With Aero Snap in Windows 7

    Before the days of Aero Snap you would need to arrange your Windows in some weird way to see all of your files. Today we show you how to quickly use the Aero Snap feature get it done in few key strokes in Windows 7. You can of course navigate the windows in Explorer to get them so you can see everything side by side, or use a free utility like Cubic Explorer.   Getting Explorer Windows Side by Side The process is actually simple but quite useful when looking for a large amount of data. Right-click the Windows Explorer icon on the taskbar and click Windows Explorer. Our first window opens up and you can certainly drag it over the the right or left side of the screen but the quickest method we’re using is the “Windows Key+Right Arrow” key combo (make sure to hold the Windows key down). Now the Windows is nicely placed on the right side. Next we want to open the other window, simply right-click the Explorer icon again and click Windows Explorer.   Now we have our second window open, and all we need to do this time is use the Windows Key+Left Arrow combination. There we go! Now you should be able to browse your files a lot more simply than relying on the expanding tree method (as much). You can actually use this method to snap a window to all four corners of your screen if you don’t feel like dragging it. Once you play with Aero Snap more you may enjoy it, but if you still despise it, you can disable it too!   • Skip “Next Links” with the PageZipper Bookmarklet

    No matter what browser you use sooner or later you will run across a website with an endless number of “next links” used for the sole purpose of generating page views. Now you can simply scroll through those articles without the “next links” using the PageZipper Bookmarklet. The Problem Here is a perfect example of a page view generating article. As you can see our browser is in a non-maximized state and the first part of the article takes up very little room in the browser window. Absolutely horrible… The PageZipper Bookmarklet in Action The bookmarklet is very easy to set up in your browser…simply drag it to your “Bookmarks Toolbar” and you are ready to go. Switching tabs back to the article we never even needed to refresh the page. One nice little click on our new bookmarklet and… It immediately went to work. When you use PageZipper you will see a page count in the upper right corner of the browser window area as shown here. You can see the transition between pages here…nice and smooth.   • Display System Information on Your Desktop with Desktop Info

    Do you like to monitor your system but do not want a complicated app to do it with? If you love simplicity and easy configuration then join us as we look at Desktop Info. Desktop Info in Action Desktop Info comes in a zip file format so you will need to unzip the app, place it into an appropriate “Program Files Folder”, and create a shortcut. Do NOT delete the “Read Me File”…this will be extremely useful to you when you make changes to the “Configuration File”. Once you have everything set up you are ready to start Desktop Info up. This is the default layout and set of listings displayed when you start Desktop Info up for the first time. The font colors will be a mix of colors as seen here and the font size will perhaps be a bit small but those are very easy to change if desired. You can access the “Context Menu” directly over the “information area”…so no need to look for it in the “System Tray”. Notice that you can easily access that important “Read Me File” from here… The full contents of the configuration file (.ini file) are displayed here so that you can see exactly what kind of information can be displayed using the default listings. The first section is “Options”…you will most likely want to increase the font size while you are here. Then “Items”… If you are unhappy with any of the font colors in the “information area” this is where you can make the changes. You can turn information display items on or off here. And finally “Files, Registry, & Event Logs”. Here is our displayed information after a few tweaks in the configuration file. Very nice. Conclusion If you have been looking for a system information app that is simple and easy to set up then you should definitely give Desktop Info a try.   • Change the User Interface Language in Ubuntu

    Would you like to use your Ubuntu computer in another language?  Here’s how you can easily change your interface language in Ubuntu. Ubuntu’s default install only includes a couple languages, but it makes it easy to find and add a new interface language to your computer.  To get started, open the System menu, select Administration, and then click Language Support. Ubuntu may ask if you want to update or add components to your current default language when you first open the dialog.  Click Install to go ahead and install the additional components, or you can click Remind Me Later to wait as these will be installed automatically when you add a new language. Now we’re ready to find and add an interface language to Ubuntu.  Click Install / Remove Languages to add the language you want. Find the language you want in the list, and click the check box to install it.  Ubuntu will show you all the components it will install for the language; this often includes spellchecking files for OpenOffice as well.  Once you’ve made your selection, click Apply Changes to install your new language.  Make sure you’re connected to the internet, as Ubuntu will have to download the additional components you’ve selected. Enter your system password when prompted, and then Ubuntu will download the needed languages files and install them.   Back in the main Language & Text dialog, we’re now ready to set our new language as default.  Find your new language in the list, and then click and drag it to the top of the list. Notice that Thai is the first language listed, and English is the second.  This will make Thai the default language for menus and windows in this account.  The tooltip reminds us that this setting does not effect system settings like currency or date formats. To change these, select the Text Tab and pick your new language from the drop-down menu.  You can preview the changes in the bottom Example box. The changes we just made will only affect this user account; the login screen and startup will not be affected.  If you wish to change the language in the startup and login screens also, click Apply System-Wide in both dialogs.  Other user accounts will still retain their original language settings; if you wish to change them, you must do it from those accounts. Once you have your new language settings all set, you’ll need to log out of your account and log back in to see your new interface language.  When you re-login, Ubuntu may ask you if you want to update your user folders’ names to your new language.  For example, here Ubuntu is asking if we want to change our folders to their Thai equivalents.  If you wish to do so, click Update or its equivalents in your language. Now your interface will be almost completely translated into your new language.  As you can see here, applications with generic names are translated to Thai but ones with specific names like Shutter keep their original name. Even the help dialogs are translated, which makes it easy for users around to world to get started with Ubuntu.  Once again, you may notice some things that are still in English, but almost everything is translated. Adding a new interface language doesn’t add the new language to your keyboard, so you’ll still need to set that up.  Check out our article on adding languages to your keyboard to get this setup. If you wish to revert to your original language or switch to another new language, simply repeat the above steps, this time dragging your original or new language to the top instead of the one you chose previously. Conclusion Ubuntu has a large number of supported interface languages to make it user-friendly to people around the globe.  And since you can set the language for each user account, it’s easy for multi-lingual individuals to share the same computer.   • Disable Opera Thumbnail Previews on Windows 7 Taskbar

    If you are one of the people who does not care for the Taskbar Thumbnail Previews in Windows 7 then we have a quick and easy way for you to turn them off in Opera Browser. Before Here is our Opera Browser with four tabs full of HTG Network goodness… Hovering the mouse over the Taskbar Icon gives a nice preview of each tabs content. Looking closer you can see the fanned edge on the Taskbar Icon indicating that there are multiple tabs open. This is all good but what if you just want something simpler? Disabling the Previews If you want to disable the Taskbar Thumbnail Previews in Opera you will need to type opera:config in the Address Bar and press Enter. Once you have done that, you will see a condensed listing for all of Opera’s preferences. There is one Preference Category that we need to look for…User Prefs. Note: While a Quick Find Search could be conducted for the entry that needs to be modified, we have chosen to show the full method here. After scrolling down and finding the User Prefs category you will need to expand the section. Notice the size of the scrollbar in comparison with the screenshot above…there is quite a lot that you can look at and finesse in Opera if desired. Scroll down until you find the Use Windows 7 Taskbar Thumbnails entry. Uncheck the box but do not close the opera:config Tab yet…or your changes will not take effect. Scroll down once more until you reach the end of the User Prefs category and click Save. With this particular modification you will need to restart Opera after clicking OK. After restarting Opera the Taskbar Icon and Taskbar Thumbnail Preview will revert to the minimal Windows 7 default as shown here. You can see Opera’s Tab Bar in the thumbnail and the Taskbar Icon no longer has a “fanned edge”. Conclusion If you want to disable Opera’s Taskbar Thumbnail Previews on your Windows 7 system, then this quick modification will help get it sorted out in just a few moments.   • How To Rip a Music CD in Windows 7 Media Center

    If you’re a Media Center user, you already know that it can play and manage your digital music collection. But, did you know you can also rip a music CD in Windows 7 Media Center and have it automatically added to your music library? Rip a CD in Windows 7 Media Center Place your CD into your optical drive. From within Windows Media Center, open the Music Library and select the CD. If you haven’t previously ripped a CD in Windows 7 with either Windows Media Center or Windows Media Player, you’ll be prompted to select whether or not you’d like to add copy protection. Click Next. By default, your CD will be ripped to .WMA format. The rip settings for Windows Media Center are pulled from Windows Media Player. So to change the rip settings, we’ll need to do so in Media Player. Click Finish. From within Windows Media Player, click on Tools from Menu bar, and select Options. If you are new to Windows Media Player 12, check out our beginner’s guide on how to manage your music with WMP 12. Select the Rip Music tab and choose your output format from the Format drop down list. You can also select the Audio quality (bit rate) by moving the slider bar under Audio quality. Click OK when you are finished.   Now, you are ready to rip your CD. Click on Rip CD. Click Yes to confirm you want to rip the CD. You can follow the progress as each track is being converted.    When the CD is finished you’re ready to start enjoying your music any time you wish in Windows 7 Media Center.   • Using ClearType Tuner in Windows 7

    Back in Windows XP there was an important Power toy created to enable ClearType for users of LCD screens. Now it’s standard in Windows 7, but you may not know about it. So let’s take a look. Access Clear Type in Windows 7 Click on the Start Menu and type cleartype into the search box and hit Enter. It should be enabled by default, but if not just check the box to enable it. Now, in the next step, you can enable it for two or more monitors if you have them. Or you could select an individual one if it works best for one but not another. Some people might want it turned off if they have a CRT and a LCD monitor for example. Now you can go through the wizard and pick out what resolution works best for the monitor(s) you choose.   Just select the text in each step that looks best for you. Then finish it out… This is a cool trick you may not have known about that already exists in Windows 7, and it can definitely help you get the best look of the text on each screen if you’re using different monitors!   • Mark Messages As Read in the Outlook 2010 Reading Pane

    Do you ever feel annoyed that Outlook 2010 doesn’t mark messages as Read as soon as you click and view them in the Reading Pane?  Here we show you how to make Outlook mark them as read as soon as they’re opened. Mark as Read By default, Outlook will not mark a message as read until you select another message.  This can be annoying, because if you read a message and immediately click Delete, it will show up as an unread message in our Deleted Items folder. Let’s change this to make Outlook mark messages as read as soon as we view them in the Reading Pane.  Open Outlook and click File to open Backstage View, and select Options. In Options select Mail on the left menu, and under Outlook panes click on the Reading Pane button. Check the box Mark items as read when viewed in the Reading Pane to make Outlook mark your messages as read when you view them in the Reading Pane.  By default, Outlook will only mark a message read after you’ve been reading it for 5 seconds, though you can change this.  We set it to 0 seconds so our messages would be marked as read as soon as we select them. Click OK in both dialogs, and now your messages will be marked as read as soon as you select them in the reading pane, or soon after, depending on your settings. Conclusion Outlook 2010 is a great email client, but like most programs it has its quirks.  This quick tip can help you get rid of one of Outlook’s annoying features, and make it work like you want it to.   • Add a Scrollable Multi-Row Bookmarks Toolbar to Firefox

    If you keep a lot of bookmarks available in your Bookmarks Toolbar then you know that accessing some of them is not as easy as you would like. Now you can simplify the access process with the Multirow Bookmarks Toolbar for Firefox. Before As you can see it has not taken long to fill up our “Bookmarks Toolbar” and use of the drop-down list is required. If you do not keep too many bookmarks in the “Bookmarks Toolbar” then that may not be a bad thing but what if you have a very large number of bookmarks there? Multirow Bookmarks Toolbar in Action As soon as you have installed the extension and restarted Firefox you will see the default three rows display. If you are not worried about UI space then you are good to go. Those of you who like keeping the UI space to a minimum will want to have a look at this next part… You are not locked into a “three rows setup” with this extension. If you are ok with two rows then you can select for that in the “Options” and and enjoy a mini scrollbar on the right side. For our example we still had easy access to all three rows. Two rows still too much? Not a problem. Set the number of rows for one only in the “Options” and still enjoy that scrolling goodness. If you do select for one row only do not panic when you do not see a scrollbar…it is still there. Hold your mouse over where the scrollbar is shown in the image above and use your middle mouse button to scroll through the multiple rows. You can see the transition between the second and third rows on our browser here… Nice, huh? Options The “Options” are extremely easy to work with…just enable/disable the extension here and set the number of rows that you want visible. Conclusion While the Multirow Bookmarks Toolbar extension may not seem like much at first glance it does provide some nice flexibility for your “Bookmarks Toolbar”. You can save space and access your bookmarks easily without those drop-down lists.   • How to Use and Manage Extensions to Safari 5

    While there have been hacks to include extensions in Safari for some time now, Safari 5 now offers proper support for them. Today we take a look at managing extensions in the latest version of Safari. Installation and Setup Download and install Safari 5 (link below). Make sure to download the installer that doesn’t include QuickTime if you don’t want it. Also, uncheck getting Apple updates and news in your email. Then decide if you want to install Bonjour for Windows and have Safari automatically update or not. Once it’s installed, launch Safari and select Show Menu Bar from the the Settings Menu. Then go into Preferences \ Advanced and check the box Show Develop menu in the menu bar. Develop will now appear on the Menu Bar…click on it and select Enable Extensions. Using Extensions Now you can find and start using extensions (link below) that will work with Safari 5. In this example we’re installing PageSaver which takes an image of what is showing in your browser. Click on the link for the Extension you want to install…   Then you’ll get a confirmation asking if you want to open or save it. Opening it will install it right away. Click Install in the dialog that asks if you’re sure you want to. Here we see the Extension was successfully installed and you can see the camera icon on the Toolbar. When you’re on a portion of a webpage you want to take an image of, click on the camera icon and you’ll have the image saved in your Downloads folder. Then you can open it up in a browser or image editor. Go into Preferences \ Extensions and from here you can turn the extensions on or off, uninstall, or check for updates. If you’re a Safari user, or thinking about trying it, you’ll enjoy proper support for extensions in version 5. Using Bing Translator Once you have clicked on Add to Internet Explorer and confirmed the installation your new accelerator is ready to use. For our example we chose a Norwegian news article. Right-click within the webpage to access the context menu entry for translating. Depending on the originating language, you may want to go ahead and set it manually before beginning the translation.   • Perform Unit Conversions with the Windows 7 Calculator

    Want to easily convert area, volume, temperature, and many other units?  With the Calculator in Windows 7, it’s easy to convert most any unit into another. The New Calculator in Windows 7 Calculator received a visual overhaul in Windows 7, but at first glance it doesn’t seem to have any new functionality.  Here’s Windows 7’s Calculator on the left, with Vista’s calculator on the right.   But, looks can be deceiving.  Window’s 7’s calculator has lots of new exciting features.  Let’s try them out.  Simply type Calculator in the start menu search. To uncover the new features, click the View menu.  Here you can select many different modes, including Unit Conversion mode which we will look at. When you select the Unit Conversion mode, the Calculator will expand with a form on the left side. This conversions pane has 3 drop-down menus.  From the top one, select the type of unit you want to convert. In the next two menus, select which values you wish to convert to and from.  For instance, here we selected Temperature in the first menu, Degrees Fahrenheit in the second menu, and Degrees Celsius in the third menu. Enter the value you wish to convert in the From box, and the conversion will automatically appear in the bottom box. The Calculator contains dozens of conversion values, including more uncommon ones.  So if you’ve ever wanted to know how many US gallons are in a UK gallon, or how many knots a supersonic jet travels in an hour, this is a great tool for you!   Conclusion Windows 7 is filled with little changes that give you an all-around better experience in Windows to help you work more efficiently and productively.  With the new features in the Calculator, you just might feel a little smarter, too!     Ubuntu 10.04 (code name Lucid Lynx) will come loaded with the Ubuntu One music store. Rhythmbox will have the Ubuntu One music store integrated in it. It’ll also allow users to download purchased music to their local machine. Ubuntu One Music Store Users will be able to access Ubuntu One music store from the sidebar of Rhythmbox. The music store is a web page that opens in the Rhythmbox player. There are albums listed on the home page of the Ubuntu One music store page. Ubuntu One music store is powered by 7digital, which is a leading digital B2B media delivery company based in London and operating globally. Canonical, the company behind Ubuntu, has partnered with 7digital to bring the music store to it’s users, integrating it with Rhythmbox and it’s cloud storage service UbuntuOne which was launched last year. The home screen of the Ubuntu One music store displays popular albums and functionality to browse and search. You can search for Artists, Tracks, Albums, or a combination of all three. Users will also be able to browse the store alphabetically, or based on different music genres. Once you select a specific artist, all their available albums are arranged in a grid. Once an album is selected, you’ll will be able to download specific songs or the whole album. You’ll also be allowed to preview different songs for 60 seconds. You’ll be able to buy tracks using a credit card or with PayPal. The purchased tracks will be visible under Library \ Purchased from Ubuntu One. The downloaded tracks are also synced with your UbuntuOne account. This means that you’ll be able to access your tracks from any where on the web. The default UbuntuOne account comes with 2 GB free storage, however, you can also purchase additional space if you need it.   All the music is in mp3 format which is not supported by default in Ubuntu. However, you can get mp3 playback functionality using GStreamer multimedia framework. Conclusion All in all the Ubuntu One music store is a positive move to enhance the user experience and also increase the popularity of Canonical in bringing Ubuntu closer to regular users. This would also provide Canonical to make some revenue in collaboration with 7digital.     Hello, I have problem with my Sony Vaio Z VPCZ1. It has physical selector of GPUs which Linux kernel not detect. So after GRUB I see black display (I tried different distributions of Ubuntu and other Linux OS). I read in Ubuntu 10.10 was solve same problem with hybrid graphics but not in my case ^^ I found solutions (not easy at do) for oldest models. But I'm not expert in Linux and before I prefer ask people with more experience. Somebody can help me? Someone installed Ubuntu in same laptop?   • Access Your favorite RSS Feeds in Windows Media Center

    There are a lot of apps out there that help you organize and view your favorite RSS feeds. If you subscribe to a lot, sitting at a computer to view them all can be overwhelming. Today we take a look at accessing them from the couch with WMC. Using Media Center RSS Feeds To get RSS feeds to work with this plugin you need to subscribe to them through Internet Explorer.   The first thing you’ll need to do is activate Media Center RSS Reader (link below) on their site. Next install the Media Center RSS Reader plugin (link below). Installation is easy, just select the defaults when going through the wizard. Now when you open Media Center you’ll see the RSS icon in the main menu under Accessories. You can also find it in the Extras section. Enter in the username and activation code you received when you activated the plugin earlier. After activation you’ll see a list of the RSS feeds you currently subscribed through Internet Explorer. Click on the site feed you want to read and you’ll get a list of the different items available. Next you get and overview of the contents for the item you selected. From there you can show the page of the website containing that item. For any audio or video feeds you subscribe to, at the overview screen, click on Play to watch it. Then just sit back and watch your favorite video RSS feeds on WMC.   Media Center RSS Reader plugin will work with Vista and Windows 7.   • How To Personalize the Windows Command Prompt

    Command line interfaces can be downright boring, and always seem to miss out on the fresh coats of paint liberally applied to the rest of Windows.  Here’s how to add a splash of color to Command Prompt and make it unique. By default, Windows Command Prompt is white text on a black background. It get’s the job done, but maybe you want to add some color to it.   To get an overview of what we can do with the color command, let’s enter: color /? So, to get the color you want, enter color then the option for the background color followed by the font color.  For example, let’s make an old-fashioned green on black look by entering: color 02   There are a bunch of different combinations you can do, like this black background with red text. color 04 You can’t mess it up too much.  The color command won’t let you set both the font and the background to the same color, which would make it unreadable.  Also, if you want to get back to the default settings, just enter: color Now we’re back to plain-old black and white. Personalize Command Prompt Without Commands If you’d prefer to change the color without entering commands, just click on the Command Prompt icon in the top left corner of the window and select Properties. Select the Colors tab, and then choose the color you want for the screen text and background.  You can also enter your own RGB color combination if you want.   Here we entered the RGB values to get a purple background color like Ubuntu 10.04. Back in the Properties dialog, you can also change your Command Prompt font from the font tab.  Choose any font you want, as long as the one you want is one of the three listed here. Customizations you make via the Properties dialog are saved and will be used any time you open Command Prompt, but any customizations you make with the Color command are only for that session.   • Super-Charge GIMP’s Image Editing Capabilities with G’MIC [Cross-Platform]

    Recently we showed you how to enhance GIMP’s image editing power and today we help you super-charge GIMP even more. G’MIC (GREYC’s Magic Image Converter) will add an impressive array of filters and effects to your GIMP installation for image editing goodness. Note: We applied the Contrast Swiss Mask filter to the image shown in the screenshot above to create a nice, warm sunset effect. To add the new PPA open the Ubuntu Software Center, go to the Edit Menu, and select Software Sources. Access the Other Software Tab in the Software Sources Window and add the first of the PPAs shown below (outlined in red). The second PPA will be automatically added to your system. Once you have the new PPAs set up, go back to the Ubuntu Software Center and do a search for “G’MIC”. You will find two listings available and can select either one to add G’MIC to your system (both work equally well). Click on More Info for the listing that you choose and scroll down to where Add-ons are listed. Make sure to select the Add-on listed, click Apply Changes when it appears, and then click Install. We have both shown here for your convenience… When you get ready to use G’MIC to enhance an image, go to the Filters Menu and select G’MIC. A new window will appear where you can select from an impressive array of filters available for your use. Have fun!   • Restore Files from Backups on Windows Home Server

    If you use Windows Home Server to backup the machines on your network, your in luck if you accidentally delete important files or they become corrupted. Today we take a look at getting your data back from backups on your home server. Open Windows Home Server Console and click select the Computers and Backup tab. Right-click on the computer you need to restore files for and select View Backups. This will open a list of your recent backups. Highlight the one you want to open, then click the Open button in the Restore or View Files section. If this is the first time you’re restoring a file, you’ll be asked to verify installation of the device software. Check the box next to Always trust software from Microsoft Corporation and click Install. Now wait while the backup data is retrieved. After the backup data has been retrieved, an explorer windows opens up to drive (Z:) which is the backup data. It’s just like if you were opening a drive on your local machine. Now you can browse through the backup and find the files your missing. You can open the files directly, or drag them onto your machine to the location you want to restore them.   Restoring your data is actually a very easy process with Windows Home Server.
