  • Processing Email in Outlook

    A. Why Goal 1 = Help others: Have at most a 24-hour response turnaround to internal (from colleague) emails, typically achieving same day response. Goal 2 = Help projects: Not to implicitly pass/miss an opportunity to have impact on electronic discussions around any project on the radar. Not achieving goals 1 & 2 = Colleagues stop relying on you, drop you off conversations, don't see you as a contributing resource or someone that cares, you are perceived as someone with no peripheral vision. Note this is perfect if all you are doing is cruising at your job, trying to fly under the radar, with no ambitions of having impact beyond your absolute minimum 'day job'. B. DON'T: Leave unread email lurking around Don't: Receive or process all incoming emails in a single folder ('inbox' or 'unread mail'). This is actually possible if you receive a small number of emails (e.g. new to the job, not working at a company like Microsoft). Even so, with (your future) success at any level (company, community) comes large incoming email, so learn to deal with it. With large volumes, it is best to let the system help you by doing some categorization and filtering on your behalf (instead of trying to do that in your head as you process the single folder). See later section on how to achieve this. Don't: Leave emails as 'unread' (or worse: read them, then mark them as unread). Often done by individuals who think they possess super powers ("I can mentally cache and distinguish between the emails I chose not to read, the ones that are actually new, and the ones I decided to revisit in the future; the fact that they all show up the same (bold = unread) does not confuse me"). Interactions with this super-powered individuals typically end up with them saying stuff like "I must have missed that email you are talking about (from 2 weeks ago)" or "I am a bit behind, so I haven't read your email, can you remind me". TIP: The only place where you are "allowed" unread email is in your Deleted Items folder. Don't: Interpret a read email as an email that has been processed. Doing that, means you will always end up with fake unread email (that you have actually read, but haven't dealt with completely so you then marked it as unread) lurking between actual unread email. Another side effect is reading the email and making a 'mental' note to action it, then leaving the email as read, so the only thing left to remind you to carry out the action is… you. You are not super human, you will forget. This is a key distinction. Reading (or even scanning) a new email, means you now know what needs to be done with it, in order for it to be truly considered processed. Truly processing an email is to, for example, write an email of your own (e.g. to reply or forward), or take a non-email related action (e.g. create calendar entry, do something on some website), or read it carefully to gain some knowledge (e.g. it had a spec as an attachment), or keep it around as reference etc. 'Reading' means that you know what to do, not that you have done it. An email that is read is an email that is triaged, not an email that is resolved. Sometimes the thing that needs to be done based on receiving the email, you can (and want) to do immediately after reading the email. That is fine, you read the email and you processed it (typically when it takes no longer than X minutes, where X is your personal tolerance – mine is roughly 2 minutes). Other times, you decide that you don't want to spend X minutes at that moment, so after reading the email you need a quick system for "marking" the email as to be processed later (and you still leave it as 'read' in outlook). See later section for how. C. DO: Use Outlook rules and have multiple folders where incoming email is automatically moved to Outlook email rules are very powerful and easy to configure. Use them to automatically file email into folders. Here are mine (note that if a rule catches an email message then no further rules get processed): "personal" Email is either personal or business related. Almost all personal email goes to my gmail account. The personal emails that end up on my work email account, go to a dedicated folder – that is achieved via a rule that looks at the email's 'From' field. For those that slip through, I use the new Outlook 2010  quick step of "Conversation To Folder" feature to let the slippage only occur once per conversation, and then update my rules. "External" and "ViaBlog" The remaining external emails either come from my blog (rule on the subject line) or are unsolicited (rule on the domain name not being microsoft) and they are filed accordingly. "invites" I may do a separate blog post on calendar management, but suffice to say it should be kept up to date. All invite requests end up in this folder, so that even if mail gets out of control, the calendar can stay under control (only 1 folder to check). I.e. so I can let the organizer know why I won't be attending their meeting (or that I will be). Note: This folder is the only one that shows the total number of items in it, instead of the total unread. "Inbox" The only email that ends up here is email sent TO me and me only. Note that this is also the only email that shows up above the systray icon in the notification toast – all other emails cannot interrupt. "ToMe++" Email where I am on the TO line, but there are other recipients as well (on the TO or CC line). "CC" Email where I am on the CC line. I need to read these, but nobody is expecting a response or action from me so they are not as urgent (and if they are and follow up with me, they'll receive a link to this). "@ XYZ" Emails to aliases that are about projects that I directly work on (and I wasn't on the TO or CC line, of course). Test: these projects are in my commitments that I get measured on at the end of the year. "Z Mass" and subfolders under it per distribution list (DL) Emails to aliases that are about topics that I am interested in, but not that I formally own/contribute to. Test: if I unsubscribed from these aliases, nobody could rightfully complain. "Admin" folder, which resides under "Z Mass" folder Emails to aliases that I was added typically by an admin, e.g. broad emails to the floor/group/org/building/division/company that I am a member of. "BCC" folder, which resides under "Z Mass" Emails where I was not on the TO or the CC line explicitly and the alias it was sent to is not one I explicitly subscribed to (or I have been added to the BCC line, which I briefly touched on in another post). When there are only a few quick minutes to catch up on email, read as much as possible from these folders, in this order: Invites, Inbox, ToMe++. Only when these folders are all read (remember that doesn't mean that each email in them has been fully dealt with), we can move on to the @XYZ and then the CC folders. Only when those are read we can go on to the remaining folders. Note that the typical flow in the "Z Mass" subfolders is to scan subject lines and use the new Ctrl+Delete Outlook 2010 feature to ignore conversations. D. DO: Use Outlook Search folders in combination with categories As you process each folder, when you open a new email (i.e. click on it and read it in the preview pane) the email becomes read and stays read and you have to decide whether: It can take 2 minutes to deal with for good, right now, or It will take longer than 2 minutes, so it needs to be postponed with a clear next step, which is one of ToReply – there may be intermediate action steps, but ultimately someone else needs to receive email about this Action – no email is required, but I need to do something ReadLater – no email is required from the quick scan, but this is too long to fully read now, so it needs to be read it later WaitingFor – the email is informing of an intermediate status and 'promising' a future email update. Need to track. SomedayMaybe – interesting but not important, non-urgent, non-time-bound information. I may want to spend part of one of my weekends reading it. For all these 'next steps' use Outlook categories (right click on the email and assign category, or use shortcut key). Note that I also use category 'WaitingFor' for email that I send where I am expecting a response and need to track it. Create a new search folder for each category (I dragged the search folders into my favorites at the top left of Outlook, above my inboxes). So after the activity of reading/triaging email in the normal folders (where the email arrived) is done, the result is a bunch of emails appearing in the search folders (configure them to show the total items, not the total unread items). To actually process email (that takes more than 2 minutes to deal with) process the search folders, starting with ToReply and Action. E. DO: Get into a Routine Now you have a system in place, get into a routine of using it. Here is how I personally use mine, but this part I keep tweaking: Spend short bursts of time (between meetings, during boring but mandatory meetings and, in general, 2-4 times a day) aiming to have no unread emails (and in the process deal with some emails that take less than 2 minutes). Spend around 30 minutes at the end of each day processing most urgent items in search folders. Spend as long as it takes each Friday (or even the weekend) ensuring there is no unnecessary email baggage carried forward to the following week. F.   • The HTG Guide to Using a Bluetooth Keyboard with Your Android Device

    Android devices aren’t usually associated with physical keyboards. But, since Google is now bundling their QuickOffice app with the newly-released Kit-Kat, it appears inevitable that at least some Android tablets (particularly 10-inch models) will take on more productivity roles. In recent years, physical keyboards have been rendered obsolete by swipe style input methods such as Swype and Google Keyboard. Physical keyboards tend to make phones thick and plump, and that won’t fly today when thin (and even flexible and curved) is in vogue. So, you’ll be hard-pressed to find smartphone manufacturers launching new models with physical keyboards, thus rendering sliders to a past chapter in mobile phone evolution. It makes sense to ditch the clunky keyboard phone in favor of a lighter, thinner model. You’re going to carry around in your pocket or purse all day, why have that extra bulk and weight? That said, there is sound logic behind pairing tablets with keyboards. Microsoft continues to plod forward with its Surface models, and while critics continue to lavish praise on the iPad, its functionality is obviously enhanced and extended when you add a physical keyboard. Apple even has an entire page devoted specifically to iPad-compatible keyboards. But an Android tablet and a keyboard? Does such a thing even exist? They do actually. There are docking keyboards and keyboard/case combinations, there’s the Asus Transformer family, Logitech markets a Windows 8 keyboard that speaks “Android”, and these are just to name a few. So we know that keyboard products that are designed to work with Android exist, but what about an everyday Bluetooth keyboard you might use with Windows or OS X? How-To Geek wanted look at how viable it is to use such a keyboard with Android. We conducted some research and examined some lists of Android keyboard shortcuts. Most of what we found was long outdated. Many of the shortcuts don’t even apply anymore, while others just didn’t work. Regardless, after a little experimentation and a dash of customization, it turns out using a keyboard with Android is kind of fun, and who knows, maybe it will catch on. Setting things up Setting up a Bluetooth keyboard with Android is very easy. First, you’ll need a Bluetooth keyboard and of course an Android device, preferably running version 4.1 (Jelly Bean) or higher. For our test, we paired a second-generation Google Nexus 7 running Android 4.3 with a Samsung Series 7 keyboard. In Android, enable Bluetooth if it isn’t already on. We’d like to note that if you don’t normally use Bluetooth accessories and peripherals with your Android device (or any device really), it’s best practice to leave Bluetooth off because, like GPS, it drains the device’s battery more quickly. To enable Bluetooth, simply go to “Settings” -> “Bluetooth” and tap the slider button to “On”. To set up the keyboard, make sure it is on and then tap “Bluetooth” in the Android settings. On the resulting screen, your Android device should automatically search for and hopefully find your keyboard. If you don’t get it right the first time, simply turn the keyboard on again and then tap “Search for Devices” to try again. If it still doesn’t work, make sure you have fresh batteries and the keyboard isn’t paired to another device. If it is, you will need to unpair it before it will work with your Android device (consult your keyboard manufacturer’s documentation or Google if you don’t know how to do this). When Android finds your keyboard, select it under “Available Devices” … … and you should be prompted to type in a code: If successful, you will see that device is now “Connected” and you’re ready to go. If you want to test things out, try pressing the “Windows” key (“Apple” or “Command”) + ESC, and you will be whisked to your Home screen. So, what can you do? Traditional Mac and Windows users know there’s usually a keyboard shortcut for just about everything (and if there isn’t, there’s all kinds of ways to remap keys to do a variety of commands, tasks, and functions). So where does Android fall in terms of baked-in keyboard commands? There answer to that is kind of enough, but not too much. There are definitely established combos you can use to get around, but they aren’t clear and there doesn’t appear to be any one authority on what they are. Still, there is enough keyboard functionality in Android to make it a viable option, if only for those times when you need to get something done (long e-mail or important document) and an on-screen keyboard simply won’t do. It’s important to remember that Android is, and likely always will be a touch-first interface. That said, it does make some concessions to physical keyboards. In other words, you can get around Android fairly well without having to lift your hands off the keys, but you will still have to tap the screen regularly, unless you add a mouse. For example, you can wake your device by tapping a key rather than pressing its power button. However, if your device is slide or pattern-locked, then you’ll have to use the touchscreen to unlock it – a password or PIN however, works seamlessly with a keyboard – other things like widgets and app controls and features, have to be tapped. You get the idea. Keyboard shortcuts and navigation As we said, baked-in keyboard shortcut combos aren’t necessarily abundant nor apparent. The one thing you can always do is search. Any time you want to Google something, start typing from the Home screen and the search screen will automatically open and begin displaying results. Other than that, here is what we were able to figure out: ESC = go back CTRL + ESC = menu CTRL + ALT + DEL = restart (no questions asked) ALT + SPACE = search page (say “OK Google” to voice search) ALT + TAB (ALT + SHIFT + TAB) = switch tasks Also, if you have designated volume function keys, those will probably work too. There’s also some dedicated app shortcuts like calculator, Gmail, and a few others: CMD + A = calculator CMD + C = contacts CMD + E = e-mail CMD + G = Gmail CMD + L = Calendar CMD + P = Play Music CMD + Y = YouTube Overall, it’s not a long comprehensive list and there’s no dedicated keyboard combos for the full array of Google’s products. Granted, it’s hard to imagine getting a lot of mileage out of a keyboard with Maps but with something like Keep, you could type out long, detailed lists on your tablet, and then view them on your smartphone when you go out shopping. You can also use the arrow keys to navigate your Home screen over shortcuts and open the app drawer. When something on the screen is selected, it will be highlighted in blue. Press “Enter” to open your selection. Additionally, if an app has its own set of shortcuts, e.g. Gmail has quite a few unique shortcuts to it, as does Chrome, some – though not many – will work in Android (not for YouTube though). Also, many “universal” shortcuts such as Copy (CTRL + C), Cut (CTRL + X), Paste (CTRL + V), and Select All (CTRL + A) work where needed – such as in instant messaging, e-mail, social media apps, etc. Creating custom application shortcuts What about custom shortcuts? When we were researching this article, we were under the impression that it was possible to assign keyboard combinations to specific apps, such as you could do on older Android versions such as Gingerbread. This no long seems to be the case and nowhere in “Settings” could we find a way to assign hotkey combos to any of our favorite, oft-used apps or functions. If you do want custom keyboard shortcuts, what can you do? Luckily, there’s an app on Google Play that allows you to, among other things, create custom app shortcuts. It is called External Keyboard Helper (EKH) and while there is a free demo version, the pay version is only a few bucks. We decided to give EKH a whirl and through a little experimentation and finally reading the developer’s how-to, we found we could map custom keyboard combos to just about anything. To do this, first open the application and you’ll see the main app screen. Don’t worry about choosing a custom layout or anything like that, you want to go straight to the “Advanced settings”: In the “Advanced settings” select “Application shortcuts” to continue: You can have up to 16 custom application shortcuts. We are going to create a custom shortcut to the Facebook app. We choose “A0”, and from the resulting list, Facebook. You can do this for any number of apps, services, and settings. As you can now see, the Facebook app has now been linked to application-zero (A0): Go back to the “Advanced settings” and choose “Customize keyboard mappings”: You will be prompted to create a custom keyboard layout so we choose “Custom 1”: When you choose to create a custom layout, you can do a great many more things with your keyboard. For example, many keyboards have predefined function (Fn) keys, which you can map to your tablet’s brightness controls, toggle WiFi on/off, and much more. A word of advice, the application automatically remaps certain keys when you create a custom layout. This might mess up some existing keyboard combos. If you simply want to add some functionality to your keyboard, you can go ahead and delete EKH’s default changes and start your custom layout from scratch. To create a new combo, select “Add new key mapping”: For our new shortcut, we are going to assign the Facebook app to open when we key in “ALT + F”. To do this, we press the “F” key while in the “Scancode” field and we see it returns a value of “33”. If we wanted to use a different key, we can press “Change” and scan another key’s numerical value. We now want to assign the “ALT” key to application “A0”, previously designated as the Facebook app. In the “AltGr” field, we enter “A0” and then “Save” our custom combo. And now we see our new application shortcut. Now, as long as we’re using our custom layout, every time we press “ALT + F”, the Facebook app will launch: External Keyboard Helper extends far beyond simple application shortcuts and if you are looking for deeper keyboard customization options, you should definitely check it out. Among other things, EKH also supports dozens of languages, allows you to quickly switch between layouts using a key or combo, add up to 16 custom text shortcuts, and much more! It can be had on Google Play for $2.53 for the full version, but you can try the demo version for free. More extensive documentation on how to use the app is also available. Android? Keyboard? Sure, why not? Unlike traditional desktop operating systems, you don’t need a physical keyboard and mouse to use a mobile operating system. You can buy an iPad or Nexus 10 or Galaxy Note, and never need another accessory or peripheral – they work as intended right out of the box. It’s even possible you can write the next great American novel on one these devices, though that might require a lot of practice and patience. That said, using a keyboard with Android is kind of fun. It’s not revelatory but it does elevate the experience. You don’t even need to add customizations (though they are nice) because there are enough existing keyboard shortcuts in Android to make it usable. Plus, when it comes to inputting text such as in an editor or terminal application, we fully advocate big, physical keyboards. Bottom line, if you’re looking for a way to enhance your Android tablet, give a keyboard a chance. Do you use your Android device for productivity?   • How do I get a Dane-Elec mp3/mp4 player working?

    My MP3/MP4 does not plug-in and play and therefore I can not transfer any file to the MP3/MP4 dane-elec music my touch or only dane-elec with 8 gb in memory and perhapses model zt1 with radio,..and microsdhc card slot following the above link the mp3/mp4 is there and it is MP3 Player: TOUCH MY MUSIC and the complete information is on this site http://www.danedigital.com/8-Music-Media-Players/2-music-touch.html as the Technical Specifications MP3 Player: TOUCH MY MUSIC The Mp4 player has a very classy. It allows its users to play music and view photos and video. His fluent interface, its touch-pad, his radio and RDS Micro SDHC reader makes him a very complete device will become the ideal musical companion. ubuntu i am with is ubuntu 11.10 kernel 3.0.0-14-generic the latest I tried to install many applications but nothing worked. With disk utility I can see that Ubuntu can recognize something, that as a peripheral device named rockchip usbdisk user and rockchip usbdisk sd, and i can plug and play other devices, and only this mp3/mp4 do not connect to the computer with ubuntu and the device as no problem working disconnected to computer I try to see if work on Windows and it does! I can see the device and transfer files to the MP3/MP4 dane-elec folder device and use FAT32. So why can not do on Ubuntu!? What can I do and why does not work on Ubuntu? What is wrong with it? We’ll go through several methods, starting each section from the Ubuntu desktop – if you don’t yet have an Ubuntu Live CD, follow our guide to creating a bootable USB flash drive, and then our instructions for booting into Ubuntu. If your BIOS doesn’t let you boot using a USB flash drive, don’t worry, we’ve got you covered! Use a Healthy Hard Drive If your computer has more than one hard drive, or your hard drive is healthy and you’re in Ubuntu for non-recovery reasons, then accessing your hard drive is easy as pie, even if the hard drive is formatted for Windows. To access a hard drive, it must first be mounted. To mount a healthy hard drive, you just have to select it from the Places menu at the top-left of the screen. You will have to identify your hard drive by its size. Clicking on the appropriate hard drive mounts it, and opens it in a file browser. You can now move files to this hard drive by drag-and-drop or copy-and-paste, both of which are done the same way they’re done in Windows. Once a hard drive, or other external storage device, is mounted, it will show up in the /media directory. To see a list of currently mounted storage devices, navigate to /media by clicking on File System in a File Browser window, and then double-clicking on the media folder. Right now, our media folder contains links to the hard drive, which Ubuntu has assigned a terribly uninformative label, and the PLoP Boot Manager CD that is currently in the CD-ROM drive. Connect a USB Hard Drive or Flash Drive An external USB hard drive gives you the advantage of portability, and is still large enough to store an entire hard disk dump, if need be. Flash drives are also very quick and easy to connect, though they are limited in how much they can store. When you plug a USB hard drive or flash drive in, Ubuntu should automatically detect it and mount it. It may even open it in a File Browser automatically. Since it’s been mounted, you will also see it show up on the desktop, and in the /media folder. Once it’s been mounted, you can access it and store files on it like you would any other folder in Ubuntu. If, for whatever reason, it doesn’t mount automatically, click on Places in the top-left of your screen and select your USB device. If it does not show up in the Places list, then you may need to format your USB drive. To properly remove the USB drive when you’re done moving files, right click on the desktop icon or the folder in /media and select Safely Remove Drive. If you’re not given that option, then Eject or Unmount will effectively do the same thing. Connect to a Windows PC on your Local Network If you have another PC or a laptop connected through the same router (wired or wireless) then you can transfer files over the network relatively quickly. To do this, we will share one or more folders from the machine booted up with the Ubuntu Live CD over the network, letting our Windows PC grab the files contained in that folder. As an example, we’re going to share a folder on the desktop called ToShare. Right-click on the folder you want to share, and click Sharing Options. A Folder Sharing window will pop up. Check the box labeled Share this folder. A window will pop up about the sharing service. Click the Install service button. Some files will be downloaded, and then installed. When they’re done installing, you’ll be appropriately notified. You will be prompted to restart your session. Don’t worry, this won’t actually log you out, so go ahead and press the Restart session button. The Folder Sharing window returns, with Share this folder now checked. Edit the Share name if you’d like, and add checkmarks in the two checkboxes below the text fields. Click Create Share. Nautilus will ask your permission to add some permissions to the folder you want to share. Allow it to Add the permissions automatically. The folder is now shared, as evidenced by the new arrows above the folder’s icon. At this point, you are done with the Ubuntu machine. Head to your Windows PC, and open up Windows Explorer. Click on Network in the list on the left, and you should see a machine called UBUNTU in the right pane. Note: This example is shown in Windows 7; the same steps should work for Windows XP and Vista, but we have not tested them. Double-click on UBUNTU, and you will see the folder you shared earlier! As well as any other folders you’ve shared from Ubuntu. Double click on the folder you want to access, and from there, you can move the files from the machine booted with Ubuntu to your Windows PC. Upload to an Online Service There are many services online that will allow you to upload files, either temporarily or permanently. As long as you aren’t transferring an entire hard drive, these services should allow you to transfer your important files from the Ubuntu environment to any other machine with Internet access. We recommend compressing the files that you want to move, both to save a little bit of bandwidth, and to save time clicking on files, as uploading a single file will be much less work than a ton of little files. To compress one or more files or folders, select them, and then right-click on one of the members of the group. Click Compress…. Give the compressed file a suitable name, and then select a compression format. We’re using .zip because we can open it anywhere, and the compression rate is acceptable. Click Create and the compressed file will show up in the location selected in the Compress window. Dropbox If you have a Dropbox account, then you can easily upload files from the Ubuntu environment to Dropbox. There is no explicit limit on the size of file that can be uploaded to Dropbox, though a free account begins with a total limit of 2 GB of files in total. Access your account through Firefox, which can be opened by clicking on the Firefox logo to the right of the System menu at the top of the screen. Once into your account, press the Upload button on top of the main file list. Because Flash is not installed in the Live CD environment, you will have to switch to the basic uploader. Click Browse…find your compressed file, and then click Upload file. Depending on the size of the file, this could take some time. However, once the file has been uploaded, it should show up on any computer connected through Dropbox in a matter of minutes. Google Docs Google Docs allows the upload of any type of file – making it an ideal place to upload files that we want to access from another computer. While your total allocation of space varies (mine is around 7.5 GB), there is a per-file maximum of 1 GB. Log into Google Docs, and click on the Upload button at the top left of the page. Click Select files to upload and select your compressed file. For safety’s sake, uncheck the checkbox concerning converting files to Google Docs format, and then click Start upload. Go Online – Through FTP If you have access to an FTP server – perhaps through your web hosting company, or you’ve set up an FTP server on a different machine – you can easily access the FTP server in Ubuntu and transfer files. Just make sure you don’t go over your quota if you have one. You will need to know the address of the FTP server, as well as the login information. Click on Places > Connect to Server… Choose the FTP (with login) Service type, and fill in your information. Adding a bookmark is optional, but recommended. You will be asked for your password. You can choose to remember it until you logout, or indefinitely. You can now browse your FTP server just like any other folder. Drop files into the FTP server and you can retrieve them from any computer with an Internet connection and an FTP client. Conclusion While at first the Ubuntu Live CD environment may seem claustrophobic, it has a wealth of options for connecting to peripheral devices, local computers, and machines on the Internet – and this article has only scratched the surface. Whatever the storage medium, Ubuntu’s got an interface for it! (though history matters, too.) We are a government entity that does not have costs or related calculations. Mostly just counts of people within given locations and with related history. We are using Oracle, and I have found distinct advantage in using the star join whenever possible and would like to rearchitect everything to as closely resemble the star schema as is reasonable for our business uses. Speed in this DW is vital, and a number of tests have already proven the star schema approach to me. Our "person" table is key - it contains over 4 million records and will be the most frequently used source in queries. It can be seen at the center of a star with multiple dimensions (like age, gender, affiliation, location, etc.). It is a very LONG table, particularly when I join it to the address and contact information. However, it is more like a dimension table when we start looking at history. For example, there are two different history tables that have a person key pointing to the person table. One has over 20 million records and the other has almost 50 million and grows daily. Is this table a fact table or a dimension table? Can one work as both? If so, is that going to be a big performance problem? Is it common to query more off of a dimension than a fact? What happens if a DIFFERENT fact table that uses the person table as a dimension is actually only 60,000 records (much smaller.). I think my problem is that our data and use of it does not fit with the commonly use examples of star schemas. CLARIFICATION: Some good thoughts have been added below, but perhaps I left too much out to really explain well. Here's some more info: We handle a voter database. We don't have any measures except voter counts by various groups: voter counts by party, by age, by location; voter counts by ballot type and election, by ballot status and election, etc. We do have a "voting history" log as well as an activity audit log (change of address, party, etc.). We have information on which voters are election workers and all that related information. I figure I'll get to the peripheral stuff later. For now I'm focusing on our two major "business processes": voter registration(which IS a voter.) and election turnout. In the first, voter is a fact. In the second, voter is a dimension, along with party, election, and type of ballot. (and in case anyone is worried - no we don't know HOW people vote. Just that they do. LOL ) I hope that clarifies things a bit.

  • Is HR/Recruitment Really Ready For Innovative Candidates

    Before I begin this blog post, I want to acknowledge that there are some great HR/Recruitment people out there who are innovative and are leading the way in using new means to successfully attract and connect with talented people. For those of you who fit in this category, please keep thinking outside the square - just because what you do may not be the norm doesn't mean it is bad. Ok, with that acknowledgment out of the way - Earlier this morning (I started this post Friday morning) I came across this online profile via a tweet from Philip Tusing I love the information that Jason has put on his web-pages. From his work Jason clearly demonstrates not only his skills/experience but also I love how he relates his experience and shows how it will help an employer and what the value add of having him on your team is. Looking at Jason's profile makes me think though, is HR/Recruitment in general terms ready to deal with innovative candidates. Sure most Recruiters are online in some form or another, but how many actually have a process that is flexible enough to deal with someone who may not fit into your processes. Is your company's recruitment practice proactive enough to find Jason's web-pages? I am not sure what he is doing in terms of a job search, but if he is not mailing a resume or replying to ads on a Job Board - hopefully Jason comes up on some of the candidate searching you are doing. Once you find this information, would the information Jason provides fit nicely into your Applicant Tracking System or your Database? If not, how much of the intangible information are you losing and potentially not passing on to a Hiring Manager. I think what has worked in the past will not necessarily work in the future. Candidates want to work somewhere they will be challenged and learn and grow. If your HR/Recruitment team displays processes that take don't necessarily convey this message, this potentially could turn people away who were once interested in your company. For example (and I have to admit I still do some of these things myself), once calling up and having a talk to a candidate a company may say: 1) HR Question: Send me in a copy of your resume - Candidate Reply - you actually already have my resume, the web-page is http:// 2) HR Question:Come in for a chat so we can get to know you - Candidate Reply - if this is the basis of a meeting, you already know me and my thoughts by looking at my online links (blog, portfolio, homepage, etc...) These questions if not handled properly could potentially turn a candidate from being interested in your company to not being interested in your company. It potentially could demonstrate that your company is not social media savvy or maybe give the impression of not really being all that innovative. A candidate may think, if this company isn't able to take information I have provided in the public forum and use it, is it really a company I want to work for? I think when liaising with candidates a company should utilise the information the person has provided in the public domain. A candidate may inadvertantly give you answers to many of the questions you are seeking on their online presence and save everyone time instead of having to fill out forms or paperwork. If you build this into your conversations with your candidates it becomes a much more individualised service you are providing and really demonstrates to a candidate you are thinking of them as an individual. Yes I know we need to have processes in place and I am not saying don't work to those processes, but don't let process take away a candidates individuality. If you talk to an SSRS expert it’s very clear to them exactly why companies really need this invention and how it saves time and adds business value. You don’t have to be an SSRS expert to know its value or to start using it. For example you don’t have to be an airline pilot to know the usefulness of modern transportation. Even the people who don’t know how to run SSRS but need the reports can tell you why that is needed. This blog post will go into why SSRS is an important invention by showing how it improves the usage of information in your company. Before SSRS there has always been a need for a company to benefit from the use of its own information. Excel spreadsheets have been a popular way to do this for a long time. With SSRS you can still use this solution and gain many other options too. A friend of mine told me a story about doing database work in the 90s for a major company and how he wished SSRS was available back then. The Vice President of the marketing channel would often come to him just before an important meeting with the board of directors. He often needed to show how certain product sales were performing over time. All this information was in the database so it was my friend’s job to get the information out and organized into a medium the VP could use. This medium was usually Excel. The VP often had meetings all over the world where he showcased this Excel report. The solution to get the VP to him anywhere he was in the world was an Excel file attached to an e-mail. This worked pretty well but with some drawbacks. One time my friend sent the wrong file in the e-mail. A few minutes later my friend realized his mistake and sent another frantic e-mail to VP. This one was saying to ignore the last e-mail and use this newer one. Would the VP see the correct e-mail in time? If SSRS had been available, my friend could have created a solution that let the VP run the report any time he wished. The report could have been published to the company intranet where the VP could run it from any of the offices he happened to be traveling to that month. There is a fair amount of work up front to develop and publish the report, but once that work is completed, the report can be reused as many times as needed. My friend could even be on vacation for the first day of the monthly and the VP can get his real-time report. Not only could the report show the most recent data, the VP could choose to view reports of previous months with just a few clicks. The deployed SSRS is user friendly, and can also be configured to protect reports from being run by the wrong people.   • SharePoint 2010 release date - is it that important?

    There has been lots of excitement in the SharePoint community over the last few days as Microsoft have announced the official release date of SharePoint 2010. May 12th is the date for your diaries (RTM in April.) The twittersphere has been telling everyone for the last few days about this news and there is much excitement. The major conferences this year all seem to have a SharePoint 2010 focus and some are entirely focussed on the new product (e.g. SharePoint Evolution Conference.)  Now by all accounts Microsoft have plugged some significant functionality gaps that exist in WSS 3.0 and MOSS 2007 and provided some exciting new functionality.  You don't need me to tell you about these as the MVPs (and other community members) are doing a sterling job, after all that is why Microsoft has MVPs in the first place. Lets get real for a second though as there is a significant investment involved in moving to SharePoint 2010:  Firstly you need 64 bit architecture across the board, now for some environments that is no inconsequential hurdle, that's a pretty significant roadblock.   The development farm, test farm and UAT farm are all going to require the same infrastructure upgrades. To take advantage of the tooling for SP2010 you will need to upgrade to Visual Studio 2010 and your development team is going to require 64 bit hardware/OS too.  I would not recommend installing SP 2010 in client installation mode (i.e. for Windows 7) on your developer machines, I would use this for demo machines only. Something that lots of people seem to forget in all their whooping and hollering about the new release is that there is a large amount of end user training going to be required as the browser UI has now adopted the omnipotent ribbon interface and there are other new and more complicated features. SharePoint Designer has also entirely changed in both look and feel and some significant feature changes have taken place. Lest we should forget that some companies have not long upgraded to MOSS 2007 and are yet to see a significant ROI for that project. And the reticence that most companies feel about implementing v1 Microsoft products.  This is only the surface of the deeper issues which would be involved in any upgrade process, so I guess I share a small part of the concern voiced by Mark Miller of EndUserSharePoint.com.  Is SharePoint 2010 relevant? I don't share this sentiment in its entirety as I firmly believe that all companies should be looking at SharePoint 2010 from day one, however most large scale existing implementations of MOSS 2007 are going to be several years away from a serious upgrade project.  So should the conference organisers and the SharePoint community as a whole be a little more understanding of the real world issues?  It's easy to get carried away in the excitement of a new product and new tools to play with but there needs to be a focus on the real world issues that most people are facing day to day and at the moment and for the short term future (at the very least the next 12 months) that is fairly and squarely in the WSS 2.0/3.0 and SPS 2003/MOSS 2007 camps. Don't get me wrong, I am very very excited about getting to grips with SharePoint 2010 in the real world and I cannot wait for my first real project to come along, but for now I am just being realistic about the reality for most people who work with SharePoint. I have been spending a lot of time on www.sharepointoverflow.com recently as there is a community of people building up who are committed to answering the real world questions that folks are dealing with every day.  I urge you to take a look and either ask or answer some questions direct from the front line of the SharePoint world.

  • Book Reviews: Art of Community and Eyetracking Web Usability

    Holidays time offers a chance to catch up on some user experience and user assistance related material. So, two short book reviews (which I considered using my new Tumblr blog for. More about that another time) coming up. The Art of Community by Jono Bacon Excellent starting point for anyone wanting to get going in the community software (FLOSS, for example) space or understand how to set up, manage, and leverage the collective intelligence of communities for whatever ends. The book is a little too long in my opinion, and of course, usage of what Jono is recommending needs to be nuanced and adapted for enterprise applications space (hardly surprising there is a lot about Ubuntu, Lug Radio, and so on given Jono's interests). Shame there wasn't more information on international, non-English community considerations too. Still, some great ideas and insight into setting up and managing communities that I will leverage (watch out for the results on this blog, later in 2011). One section, on collaborative writing really jumped out. It reinforced the whole idea that to successful community initiatives are based on instigators knowing what makes the community tick in the first place. How about this for insight into user profiles for people who write community user assistance (OK then, "doc") and what tools they might use (in this case, we're talking about Jokosher): "Most people who write documentation for open source software projects would fall into the category of power user. They are technology enthusiasts who are not interested in the super-technical avenues of programming, but want to help out. Many of these people have good writing skills and a good knowledge of using the software, so the documentation fit is natural. With Jokosher we wanted to acknowledge this profile of user. As such, instead of focussing on complex text processing tools, we encouraged our documentation contributors to use a wiki." The book is available for free here, and well as being available from usual sources. Eyetracking Web Usability by Jakob Nielsen and Kara Prentice Another fine book by established experts. I have some field experience of eyetracking studies myself --in the user assistance for enterprise applications space--though Jakob and Kara concentrate on websites for their research here. I would caution how much about websites transfers easily to the applications space, especially enterprise applications, as claimed in the book too. However, Jakob and Kara do make the case very well that understanding design goals (for example, productivity improvement in the case of applications) and the context of the software use is critical. Executing a study using eyetracking technology requires that you know what you want to test, can set up realistic tasks for testing by representative testers, and then analyze the results. Be precise, as lots of data will be generated (I think the authors underplay the effort in analyzing data too). What I found disappointing was the lack of emphasis on eyetracking as only part of the usability solution. It's really for fine-tuning designs in my opinion, and should be used after other design reviews. I also wasn't that crazy about the level of disengagement between the qualitative and quantitative side of this kind of testing that the book indicated. I think it is useful to have testers verbalize their thoughts and for test engineers to prompt, intervene, or guide as necessary. More on cultural or international aspects to usability testing might have been included too (websites are available to everyone). To conclude, I enjoyed the book, took on board some key takeaways about methodologies and found the recommendations sensible and easy to follow (for example about Forms layouts). Applying enterprise applications requirements such as those relating to user profiles, design goals, and overall context of use in conjunction with what's in this book would be the way to go here. It also made me think of how interesting it would be to compare eyetracking findings between website and enterprise applications usage.

    Oracle’s Java Technology Evangelist Simon Ritter is well known at JavaOne for his quirky and fun-loving sessions, which, this year include: CON4644 -- “JavaFX Extreme GUI Makeover” (with Angela Caicedo on how to improve UIs in JavaFX) CON5352 -- “Building JavaFX Interfaces for the Real World” (Kinect gesture tracking and mind reading) CON5348 -- “Do You Like Coffee with Your Dessert?” (Some cool demos of Java of the Raspberry Pi) CON6375 -- “Custom JavaFX Charts: (How to extend JavaFX Chart controls with some interesting things) I recently asked Ritter about the significance of the Raspberry Pi, the topic of one of his sessions that consists of a credit card-sized single-board computer developed in the UK with the intention of stimulating the teaching of basic computer science in schools. “I don't think there's one definitive thing that makes the RP significant,” observed Ritter, “but a combination of things that really makes it stand out. First, it's the cost: $35 for what is effectively a completely usable computer. OK, so you have to add a power supply, SD card for storage and maybe a screen, keyboard and mouse, but this is still way cheaper than a typical PC. The choice of an ARM processor is also significant, as it avoids problems like cooling (no heat sink or fan) and can use a USB power brick.  Combine these two things with the immense groundswell of community support and it provides a fantastic platform for teaching young and old alike about computing, which is the real goal of the project.”He informed me that he’ll be at the Raspberry Pi meetup on Saturday (not part of JavaOne).   • Install Problem (Ubuntu Server 10.04) with USB as it reboots when I hit 'enter' for 'Install Ubuntu Server' option! Help

    We cannot seem to install Ubuntu Server with USB as it reboots when I hit 'enter' for 'Install Ubuntu Server' option. My friend wants to try setting up a server so; we downloaded Ubuntu Server 10.04.4 we created a boot CD and installed ubuntu server no problem at all. But then the problem arose the hardrive we wanted to use is a 1tb sata drive and the computer orginally has 40gb IDE. So I bought a Sata to IDE and IDE to Sata converter from: http://www.microdirect.co.uk/Home/Product/52926/IDE-to-SATA-converter---Converts-IDE-HDD-to-SATA-inc-sata-data-and-power-cables Unfortunately this converter means I cannot plug in the IDE cable meaning I only have one IDE connection i.e CD drive has to be disconnected for the 1tb sata Hardrive to be connected. So now the 1tb drive is connected, powered it on opened the bios to make sure the hdd appeared it did as ST3ASDAPFKG (somthing like that). Fortunately the computer supports USB booting, so I read ubuntu server usb install instructions I tried: Startup Disk Creator & Unebootin Startup Disk Creator made the usb bootable with the 'ubuntu-10.04.4-server-i386.iso' All looked fine stuck the usb drive in, booted the machine up and I am quickly presented with ubuntu language choice. I hit enter to select English then I am presented with: Install Ubuntu Server, Install Ubuntu Enterprise Cloud, Check Disk for defects, test memory, Boot from first hard disk, Rescue a broken system I can move up and down the menu fine everything seems ok, I select 'Install Ubuntu Server', computer just hangs and screen either goes blank or locks. So I rebooted the computer loads the same menus fine, I select 'Install Ubuntu Server' hit 'enter' and the computer just restarts then brings me back to the same menu. hmmm Then I tried choosing the rest of the options separately: Install Ubuntu Server, Install Ubuntu Enterprise Cloud, Check Disk for defects, test memory, Boot from first hard disk, Rescue a broken system computer just restarts and back to the same ubuntu menu every-time. Grrrr At this point I wish I actually new how to command line install or something but I don't have a clue how to do that. So I tried hitting 'f6' for 'other options' and I tried them all in various combinations and individually. No Luck: (Expert mode, acpi=off, noapic, nolapic, edd=on, nodmraid, nomodeset, Free Software only) At this point I am wondering if it is a bios setting causing problems, I tried turning every option in there on off that I don't understand. No Luck. I then discovered by accident if you hit esc in the ubuntu install menu it says "you are leaving the graphical boot menu and starting the text mode interface" I hit 'Ok'. Next a prompt pops up saying 'boot:' One time it responded when I typed somthing with 'Cannot find kernal image (something like that but since then it just restarts when I hit enter in that prompt). I had a browse on the net and found someone suggesting removing quiet from install command for 'Install Ubuntu Server'. Made no difference at all just reboots... Orginal boot options noprompt cdrom-detect/try-usb=true persistent file=/cdrom/preseed/ubuntu-server.seed initrd=/install/initrd.gz quiet -- Modified boot options noprompt cdrom-detect/try-usb=true persistent file=/cdrom/preseed/ubuntu-server.seed initrd=/install/initrd.gz -- Still I cannot install Ubuntu Server by USB as it, reboots when I hit 'enter' for 'Install Ubuntu Server' option. This is a real pain as we cannot take the 1tb Sata Hardrive and swap it for IDE to be able to use the cd drive. Why is is it so hard to install ubuntu server with usb? I have wasted a full day and half on this really frustrated any help would be amazing! I know the answers out there just seems a bit illusive at the moment! So by way of introduction, a little background about me. I am the new senior director for evangelism on the WebCenter product management team. Not only am I new to Oracle, but the evangelism team is also brand new. Our mission is to raise the profile of Oracle in all of the markets/conversations in which WebCenter competes—social business, collaboration, portals, Internet sites, and customer/audience engagement. This is all pretty familiar turf for me because, as some of you may know, until recently I was the director of product management at Microsoft for Microsoft SharePoint Server and several other SharePoint products. And prior to that, I held management roles at Microsoft in marketing, channels, learning, and enterprise sales. Before Microsoft, I got my start in the industry as a software trainer and Lotus Notes consultant. I am incredibly excited to be joining Oracle at this time because of the tremendous opportunity that lies ahead to improve how people and businesses work. Of all the vendors offering a vision for social business, Oracle is unique in having best of breed strength in market (or coming soon) in all three critical areas: customer experience management; the middleware and back-end applications that run your business; and in the social, collaboration, and content technologies that are the connective tissue between them. Everyone else can offer one or two of the above, but not all three unified together. So it is a great time to come board and there’s a fantastic team of people hard at work on building great products for you. In the coming weeks and months you’ll be hearing much more from us. Once the ER is logged, it is then evaluated by Product Management based on feasibility, product adequation and business justification. Product Management then decides whether to consider this ER for future release or not. What helps accelerate the process is hearing from a large number of customers who urgently need a particular feature or configuration. Hence the importance of logging Metalink Service Requests, and describing in details your business expectations. You can include key milestones dates and justifications as to why this request is important and the benefits your organization stands to gain should this request be accepted. For example, one of these programs includes 16 active and effective Product Advisor Groups (PAGs) that interact directly with Oracle management, developers and business partners to provide input into product strategies and improvements. The HEUG also provides a variety of online tools to help its members navigate the world of Oracle applications software.   • SQL SERVER – Why Do We Need Data Quality Services – Importance and Significance of Data Quality Services (DQS)

    Databases are awesome.  I’m sure my readers know my opinion about this – I have made SQL Server my life’s work after all!  I love technology and all things computer-related.  Of course, even with my love for technology, I have to admit that it has its limits.  For example, it takes a human brain to notice that data has been input incorrectly.  Computer “brains” might be faster than humans, but human brains are still better at pattern recognition.  For example, a human brain will notice that “300” is a ridiculous age for a human to be, but to a computer it is just a number.  A human will also notice similarities between “P. Dave” and “Pinal Dave,” but this would stump most computers. In a database, these sorts of anomalies are incredibly important.  Databases are often used by multiple people who rely on this data to be true and accurate, so data quality is key.  That is why the improved SQL Server features Master Data Management talks about Data Quality Services.  This service has the ability to recognize and flag anomalies like out of range numbers and similarities between data.  This allows a human brain with its pattern recognition abilities to double-check and ensure that P. Dave is the same as Pinal Dave. A nice feature of Data Quality Services is that once you set the rules for the program to follow, it will not only keep your data organized in the future, but go to the past and “fix up” any data that has already been entered.  It also allows you do combine data from multiple places and it will apply these rules across the board, so that you don’t have any weird issues that crop up when trying to fit a round peg into a square hole. There are two parts of Data Quality Services that help you accomplish all these neat things.  The first part is DQL Server, which you can think of as the hardware component of the system.  It is installed on the side of (it needs to install separately after SQL Server is installed) SQL Server and runs quietly in the background, performing all its cleanup services. DQS Client is the user interface that you can interact with to set the rules and check over your data.  There are three main aspects of Client: knowledge base management, data quality projects and administration.  Knowledge base management is the part of the system that allows you to set the rules, or program the “knowledge base,” so that your database is clean and consistent. Data Quality projects are what run in the background and clean up the data that is already present.  The administration allows you to check out what DQS Client is doing, change rules, and generally oversee the entire process.  The whole process is user-friendly and a pleasure to use.  I highly recommend implementing Data Quality Services in your database.     Service Oriented Architecture (SOA) has completely transformed IT from the time it was introduced well over a decade ago. Organizations have been re-plumbing their infrastructure for reusability, efficiency and gain and succeeding with it. Best practices have emerged and people and technology have matured. We have got better at delivering on a stable platform on mission critical applications and services. Yet, there is this one secret that sets some SOA customers apart from the others. These companies grow and revolutionize their business and not just transform their IT infrastructure. The differences seem subtle for an untrained eye examining these organizations externally. And from within the company, it’s a bit like an ant sitting on an elephant, hard to differentiate between the IT trunk and business tail. What is it that some organizations do differently that makes them succeed beyond SOA? These organizations pull in business people more and more to weigh into their IT decisions. They wrench understanding process over services. They don’t settle easily when bridging business metrics and IT performance. They anguish over business requirements not translating seamlessly and quickly into IT. IT is not just an enabler but a pillar that revolutionizes their business. Okay, I’ll give it to you. These organizations layer Business Process Management (BPM) on top of their SOA. Think about lifeblood business processes in your own organizations. If you are Fedex, this would be shipping and handling. If you are Stanford Hospital, this would be patient case-management: from on-boarding through discharge and follow-up care. If you are Wells Fargo, this would be loan origination. Now think about how your SOA ties into your business process. Can you decouple your business processes from your SOA so that the two can transform and change independent of each other? Can you forecast success metrics for your business process, make the changes across the board and then look back over different periods of time to see if you are on track? Are your critical business processes entrenched in the minds of few experts in your organization or does everyone from the receptionist to your enterprise architect to your CEO understand what they can do to revolutionize it? Business Process Management is a superset of SOA. It is the process of getting your business to articulate business value and metrics and have it implemented in IT without any loss in translation. It is the act of extracting the business process from the minds of experts and IT applications in your organization and valuing them as assets for performance and gain.   • InSync12 and Australia Visits: UX is Global, Regional, Everywhere!

    I attended the Australian Oracle User Group (AUSOUG) and Quest International User Group's InSync12 event in Melbourne, Australia: the user group conference for Oracle products in the ANZ region. I demoed Oracle Fusion Applications and then presented how Oracle crafted the world class Fusion Apps user experience (UX). I explained about the Oracle user experience design pattern strategy of uptake for all apps, not just Fusion, and what our UX pattern externalization strategy means for customers, partners, and ADF developers. A great conference, lots of energy, the InSync12 highlights for me were Oracle's Senior Vice President Cliff Godwin’s fast-moving Oracle E-Business Suite (EBS) roadshow with the killer Oracle Endeca user experience uptake, and Oracle ADF product outreachmeister Chris Muir’s (@chriscmuir) session on Oracle ADF Mobile solution and his hands-on mobile app development showing how existing ADF/JDev skills can build a secure, code once-deploy-to-many-device hybrid app solution in minutes. Cliff Godwin shows off the Oracle Endeca integration with Oracle E-Business Suite. Chris Muir talked the talk and then walked the walked with Oracle ADF Mobile. Applications UX was mixing it up with the crowd at InSync12 too, showing off cool mobile UX solutions, gathering data for future innovations, and engaging with EBS, JD Edwards, and PeopleSoft apps customers and partners. User conferences such as InSync12 are an important part of our Oracle Applications UX user-centered design process, giving real apps users the opportunity to make real inputs and a way for us to watch and to listen to their needs and wants and get views on current and emerging UX too. Eric Stilan (@icondaddy) of Applications UX uses an iPad to gather feedback on the latest UX designs from conference attendees. While in Melbourne, I also visited impressive Oracle partner, Callista for a major ADF and UX pow-wow, and was the er, star of a very proactive event hosted by another partner Park Lane Information Technology (coordinated by Bambi Price (@bambiprice) of ODTUG) where I explained what UX is about, and how partner and customers can engage, participate and deploy that Applications UX scientific insight to advantage for their entire business. I also paired up with Oracle Australia in Sydney to visit key customers while there, and back at Oracle in Melbourne I spoke with sales consultants and account managers about regional opportunities and UX strategy, and came away with an understanding of what makes the Oracle market tick in Australia. Mobile worker solution development and user experience is hot news in Australia, and this was a great opportunity to team up with Chris Muir and show how the alignment of the twin stars of UX design patterns and ADF technology enables developers to make great-looking, usable apps that really sparkle. Our UX design patterns--or functional (UI) patterns, to use the developer world language--means that developers now have not only a great tool set to build apps on Oracle ADF/FMW but proven, tested usability solutions to solve common problems they can apply in the IDE too. In all, a whirlwind UX visit, packed with events and delivery opportunities, and all too short a time in the wonderful city of Melbourne. I need to get back there soon!
