  • MSCC: Career & IT Fair 2014

    Already a couple of weeks ago, I've been addressed by Ibraahim and Yunus to see whether it would be interesting to participate in the 1st Career & IT Fair organised by the UoM Computer Club. Well, luckily we met at the Global Windows Azure Bootcamp and I wasn't too sure whether it would be possible for me to attend after all. The main reason is given because of work demand and furthermore due to the fact that the Mauritius Software Craftsmanship Community currently has no advertising material at all. Here's the brief statement of the event: "The UOM Students' Computer Club in collaboration with the UOM Students' Union and UOM CSE Department is organising a 'Career & IT Fair' on the 23rd and 24th April 2014. This event has for objective to provide a platform to tertiary students, secondary students as well as vocational students, the opportunity to meet job recruiters." Luckily, I was reminded that the 23rd is a Wednesday, and therefore I decided that it might be interesting to move our weekly Code & Coffee session to the university and hence be able to attend the career fair. As it turned out it was a great choice and thankfully Pritvi, Nadim as well as Ishwon volunteered to be around at the "community booth". Thankfully, the computer club gave us - the MSCC and the LUGM - one of their spaces in the lobby area of the Paul Octave Wiéhé Auditorium. My impression about the event Very well and professionally organised. Seriously, the lads over at the UoM Computer Club did a great job in organising their 2 days event, and felt very comfortable at any time. Actually, it was kind of amusing to some of the members constantly running around and checking everything. Even though that the whole process went smooth and easy off the hand. There were a couple of interesting pieces of information and announcements during the opening ceremony. For example, the Computer Science faculty is a very young one and has been initiated back in 1988 only - just by 4 staff members at that time. Now, after 25 years they have achieved quite a lot and there are currently 1.000+ active students attending the numerous lectures and courses. But there is no room to rest on previous achievements, and I was kind of surprised to hear that there are plans to extend the campus, and offer new lectures in the fields of nanotechnology, big data handling, and - crossing fingers - the introduction and establishment of a space control centre. Mauritius is already part of the Square Kilometre Array (SKA) and hopefully there will be more activities into that direction in the near future. Community - Awareness and collaboration As stated earlier, I could only spent one morning but luckily other members of the MSCC and the LUGM stayed during the whole two days and provided answers to any interested person. As for me, I took the opportunity to get in touch with the other companies in the lobby. Mainly, to create some awareness about our IT communities but also to see whether there might be options for future engagement in common activities, too. So far, I was able to speak to representatives of the following companies: ACCA Mauritius Business at Work Infomil LinkByNet Microsoft Indian Ocean Islands & French Pacific Spherinity Training Institute Spoon Consulting Ltd. State Informatics Ltd. Unfortunately, I only had a quick chat with an HR representative of LinkByNet but I fully count on our MSCC members like Nitin or LUGM member Ronny to spread our intentions over there.  So far, all of the representatives were really interested in our concepts and activities and I'm currently catching up with an introduction flyer for the MSCC that I'm going to send out to all those contacts via mail. It would be great to have more craftsmen as well as professional support on board. Some pictures from the event MSCC: Fantastic outlook for the near future.   • Breaking up the Workday– Overcoming the Workaholic Syndrome

    Hi, my name’s Dan Wahlin and I’m a workaholic – I admit it. It’s good from the standpoint that I get a lot done but it also has a lot of cons associated with it as well that I’m not proud of. I literally can’t watch TV without feeling like I should be doing something more productive (although I have no problem going to see movies at a theater or watching sporting events – that’s my escape I guess). On vacation it’s sometimes difficult the first few days to just “let go” of work and enjoy the time with my family. I always feel like I should be checking email and following up with different business projects. Fortunately, my wife knows me really well after 17 years of marriage and “gently” restricts my usage of laptops and other gadgets while we’re out. She also reminds me that constantly burying my face in gadgets just isn’t cool and shows a distinct lack of self control. On a given day I typically put in between 12 (at a minimum) up to 16-18 hours working on projects. My company does .NET consulting (ASP.NET/jQuery, SharePoint and Silverlight) but we also do a lot in the training space so there’s always a client project, some new courseware or some other deliverable that has to be worked on. My normal process for handling that is to just work my butt off and see how much I can get done. That process has worked well for a long time but when you start realizing that your happiness comes from how much work you accomplished that day then you have a problem. That’s especially true if you have kids (which I do….two awesome boys). It’s almost as if working more hours feels like I’m more successful or something which is of course ridiculous. It may actually mean that I’m too distracted or disorganized. Lately I’ve realized that while I’m still productive and always meet my deadlines, I’m really burnt out by the afternoon and have lost some of the excitement I used to have. Part of that’s normal I think given that I’ve been doing this for close to 15 years now, but in thinking through it more I realized that I just need to get away from the desk and take a break. By far, the happiest time of my life was my childhood. Part of that was due to having awesome parents, having far less responsibility (a big factor I suspect), being able to hang-out with friends at school, playing sports, games, etc. but I think a big part of the overall happiness came from being outside a lot. I lived on my bike as a little kid and as I grew up I shared time between riding an ATV all over the place, shooting hoops on the basketball court, playing golf and working on a golf course (all outside work of course).  Being a software developer and trainer I generally spend 95% or more of my day indoors and only see the sun when driving from place to place or by looking out the window (that’s sad because I live in a suburb of Phoenix, AZ where it’s nearly always sunny). I haven’t looked into any scientific studies on the matter, but I’d be willing to bet there’s a direct correlation between overall productivity/happiness and being outside some throughout the day (sunny or not). But, I wasn’t sure what to do about it since I do have a lot of deadlines I need to meet after all. While talking with my wife last night I mentioned how I feel like I’m in a rut and want to get the “fun” back that I used to have. She immediately said that I need to start making time for breaks (a real quick fact – she’s a lot smarter than me and nearly always right). Of course my first thought was that I’d be less productive taking breaks. If I spend 2 hours just relaxing then I’m losing 2 hours of work. But, I thought about it more and realized that I’m probably less productive when I work 10+ hours and only take less than 30 minutes for a lunch break to relax a little. I bet my brain is screaming, “Please let me relax a little so I can figure out these problems you’re trying to resolve!”. So, starting today I’m going to try to break the workaholic habit and spend time outside of the office. That could mean sitting around outside, working out, golfing, or whatever. I’ve decided that no gadgets are allowed during that time and that I shouldn’t work for more than 4 hours straight without taking a break. I have no idea how my little “break the workaholic syndrome” experiment will go or how long it will last, but I’d be very interested in hearing from others on how they keep fresh and focused without working yourself to death. If you have any specific ideas, techniques or practices you follow please share them. There’s a lot more to life than work and some of us (and I’m thinking of myself specifically) need to take a long, hard look at what kind of balance we currently have. I’d hate to look back at my life when I’m 80 years old and say, “The only thing I did was work – I missed out on life!”.

  • Must-see sessions at TCUK11

    Technical Communication UK is probably the best professional conference I've been to. Last year, I spoke there on content strategy, and this year I'll be co-hosting a workshop on embedded user assistance. Obviously, I'd love people to come along to that; but there are some other sessions I'd like to flag up for anybody thinking of attending. Tuesday 20th Sept - workshops This will be my first year at the pre-conference workshop day, and I'm massively glad that our workshop hasn't been scheduled along-side the one I'm really interested in. My picks: It looks like you're embedding user assistance. Would you like help? My colleague Dom and I are presenting this one. It's our paen to Clippy, to the brilliant idea he represented, and the crashing failure he was. Less precociously, we'll be teaching embedded user assistance, Red Gate style. Statistics without maths: acquiring, visualising and interpreting your data This doesn't need to do anything apart from what it says on the tin in order to be gold dust. But given the speakers, I suspect it will. A data-informed approach is a great asset to technical communications, so I'd recommend this session to anybody event faintly interested. The speakers here have a great track record of giving practical, accessible introductions to big topics. Go along. Wednesday 21st Sept - day one There's no real need to recommend the keynote for a conference, but I will just point out that this year it's Google's Patrick Hofmann. That's cool. You know what else is cool: Focus on the user, the rest follows An intro to modelling customer experience. This is a really exciting area for tech comms, and potentially touches on one of my personal hobby-horses: the convergence of technical communication and marketing. It's all part of delivering customer experience, and knowing what your users need lets you help them, sell to them, and delight them. Content strategy year 1: a tale from the trenches It's often been observed that content strategy is great at banging its own drum, but not so hot on compelling case studies. Here you go, folks. This is the presentation I'm most excited about so far. On a mission to communicate! Skype help their users communicate, but how do they communicate with them? I guess we'll find out. Then there's the stuff that I'm not too excited by, but you might just be. The standards geeks and agile freaks can get together in a presentation on the forthcoming ISO standards for agile authoring. Plus, there's a session on VBA for tech comms. I do have one gripe about day 1. The other big UK tech comms conference, UA Europe, have - I think - netted the more interesting presentation from Ellis Pratt. While I have no doubt that his TCUK case study on producing risk assessments will be useful, I'd far rather go to his talk on game theory for tech comms. Hopefully UA Europe will record it. Thursday 22nd Sept - day two Day two has a couple of slots yet to be confirmed. The rumour is that one of them will be the brilliant "Questions and rants" session from last year. I hope so. It's not ranting, but I'll be going to: RTFMobile: beyond stating the obvious Ultan O'Broin is an engaging speaker with a lot to say, and mobile is one of the most interesting and challenging new areas for tech comms. Even if this weren't a research-based presentation from a company with buckets of technology experience, I'd be going. It is, and you should too. Pattern recognition for technical communicators One of the best things about TCUK is the tendency to include sessions that tackle the theoretical and bring them towards the practical. Kai and Chris delivered cracking and well-received talks last year, and I'm looking forward to seeing what they've got for us on some of the conceptual underpinning of technical communication. Developing an interactive non-text learning programme Annoyingly, this clashes with Pattern Recognition, so I hope at least one of the streams is recorded again this year. The idea of communicating complex information without words us fascinating and this sounds like a great example of this year's third stream: "anything but text". For the localization and DITA crowds, there's rich pickings on day two, though I'm not sure how many of those sessions I'm interested in. In the 13:00 - 13:40 slot, there's an interesting clash between Linda Urban on re-use and training content, and a piece on minimalism I'm sorely tempted by. That's my pick of #TCUK11. I'll be doing a round-up blog after the event, and probably talking a bit more about it beforehand. I'm also reliably assured that there are still plenty of tickets.

As mentioned earlier, the order of the product tabs in the Period Close Advisor gives you the recommended order of closing. The first thing to do is to ensure that you are following the prescribed order for closing the period, if you are using more than one sub-ledger. Next, review the information shared in the Evaluate and Prepare and Process Transactions phases. Make sure that you are following the recommended best practices; you have applied the recommended patches, etc. The Reconcile phase gives you the recommended steps to follow for reconciling a sub-ledger with the General Ledger. Ensure that your reconciliation procedure aligns with those steps. At any stage during the period close processing, if you encounter an issue, you can revisit the Period Close Advisor. Choose the product you have an issue with and then select the phase you are in. You will be able to review information that can help you find a solution to the issue you are facing.   • Professional Development – Difference Between Bio, CV and Resume

    Applying for work can be very stressful – you want to put your best foot forward, and it can be very hard to sell yourself to a potential employer while highlighting your best characteristics and answering questions.  On top of that, some jobs require different application materials – a biography (or bio), a curriculum vitae (or CV), or a resume.  These things seem so interchangeable, so what is the difference? Let’s start with the one most of us have heard of – the resume.  A resume is a summary of your job and education history.  If you have ever applied for a job, you will have used a resume.  The ability to write a good resume that highlights your best characteristics and emphasizes your qualifications for a specific job is a skill that will take you a long way in the world.  For such an essential skill, unfortunately it is one that many people struggle with. RESUME So let’s discuss what makes a great resume.  First, make sure that your name and contact information are at the top, in large print (slightly larger font than the rest of the text, size 14 or 16 if the rest is size 12, for example).  You need to make sure that if you catch the recruiter’s attention and they know how to get a hold of you. As for qualifications, be quick and to the point.  Make your job title and the company the headline, and include your skills, accomplishments, and qualifications as bullet points.  Use good action verbs, like “finished,” “arranged,” “solved,” and “completed.”  Include hard numbers – don’t just say you “changed the filing system,” say that you “revolutionized the storage of over 250 files in less than five days.”  Doesn’t that sentence sound much more powerful? Curriculum Vitae (CV) Now let’s talk about curriculum vitae, or “CVs”.  A CV is more like an expanded resume.  The same rules are still true: put your name front and center, keep your contact info up to date, and summarize your skills with bullet points.  However, CVs are often required in more technical fields – like science, engineering, and computer science.  This means that you need to really highlight your education and technical skills. Difference between Resume and CV Resumes are expected to be one or two pages long – CVs can be as many pages as necessary.  If you are one of those people lucky enough to feel limited by the size constraint of resumes, a CV is for you!  On a CV you can expand on your projects, highlight really exciting accomplishments, and include more educational experience – including GPA and test scores from the GRE or MCAT (as applicable).  You can also include awards, associations, teaching and research experience, and certifications.  A CV is a place to really expand on all your experience and how great you will be in this particular position. Biography (Bio) Chances are, you already know what a bio is, and you have even read a few of them.  Think about the one or two paragraphs that every author includes in the back flap of a book.  Think about the sentences under a blogger’s photo on every “About Me” page.  That is a bio.  It is a way to quickly highlight your life experiences.  It is essentially the way you would introduce yourself at a party. Where a bio is required for a job, chances are they won’t want to know about where you were born and how many pets you have, though.  This is a way to summarize your entire job history in quick-to-read format – and sometimes during a job hunt, being able to get to the point and grab the recruiter’s interest is the best way to get your foot in the door.  Think of a bio as your entire resume put into words. Most bios have a standard format.  In paragraph one, talk about your most recent position and accomplishments there, specifically how they relate to the job you are applying for.  If you have teaching or research experience, training experience, certifications, or management experience, talk about them in paragraph two.  Paragraph three and four are for highlighting publications, education, certifications, associations, etc.  To wrap up your bio, provide your contact info and availability (dates and times). Where to use What? For most positions, you will know exactly what kind of application to use, because the job announcement will state what materials are needed – resume, CV, bio, cover letter, skill set, etc.  If there is any confusion, choose whatever the industry standard is (CV for technical fields, resume for everything else) or choose which of your documents is the strongest.   • Beginner Geek: How to Use Multiple Monitors to Be More Productive

    Many people swear by multiple monitors, whether they’re geeks or just people who need to be productive. Why use just one monitor when you can use two or more and see more at once? Additional monitors allow you to expand your desktop, getting more screen real estate for your open programs. Windows makes it very easy to set up additional monitors, and your computer probably has the necessary ports. Why Use Multiple Monitors? Multiple monitors give you more screen real estate. Hook up multiple monitors to a computer and you can move your mouse back and forth between them, dragging programs between monitors as if you had an extra-large desktop. People who swear by multiple monitors use them to display multiple things on-screen at a time. Rather than Alt+Tabbing and task switching to glance at another window, you can just look over with your eyes and then look back to the program you’re using. Some examples of use cases for multiple monitors include: Coders who want to view their code on one display with the other display reserved for documentation. They can just glance over at the documentation and look back at their primary workspace. Anyone who needs to view something while working. Viewing a web page while writing an email, viewing another document while writing an something, or working with two large spreadsheets and having both visible at once. People who need to keep an eye on information, whether it’s email or up-to-date statistics, while working. Gamers who want to see more of the game world, extending the game across multiple displays. Geeks who just want to watch a video on one screen while doing something else on the other screen. Hooking Up Multiple Monitors Hooking up an additional monitor to your computer should be very simple. Most new computers come with more than one port for a monitor — whether DVI, HDMI, the older VGA port, or a mix. Some computers may include splitter cables that allow you to connect multiple monitors to a single port. Most laptops also come with ports that allow you to hook up an external monitor. Plug a monitor into your laptop’s DVI or VGA port and Windows will allow you to use both your laptop’s integrated display and the external monitor at once. This all depends on the ports your computer has and how your monitor connects. If you have an old VGA monitor lying around and you have a modern laptop with only DVI or HDMI connectors, you may need an adapter that allows you to plug your monitor’s VGA cable into the new port. Be sure to take your computer’s ports into account before you get another monitor for it. Managing Multiple Monitors With Windows Windows makes using multiple monitors easy. Just plug the monitor into the appropriate port on your computer and Windows should automatically extend your desktop onto it. You can now just drag and drop windows between monitors. To control how this works, right-click your Windows desktop and select Screen resolution. Choose an option from the Multiple displays box. The Extend option extends your desktop onto an additional monitor, while the other options are mainly useful if you’re using an additional monitor for presentations — for example, you could mirror your laptop’s desktop onto a large monitor or blank your laptop’s screen while it’s connected to a larger display. Be sure to arrange your monitors properly so Windows understands how your monitors are physically positioned. Windows 8 allows you to extend your Windows taskbar across multiple monitors. You’ll find this option in the taskbar’s options window — right-click the taskbar and select Properties. You can also choose where you want Windows to display taskbar buttons for open programs — on any monitor’s taskbar or only on the taskbar on the associated monitor. Windows 7 doesn’t have these convenient features built-in — your second monitor won’t have a taskbar. To extend your taskbar onto an additional monitor, you’ll need a third-party utility like the free and open-source Dual Monitor Taskbar. If you just have a single monitor, you can also use the Aero Snap feature to quickly place multiple Windows applications side by side. On Windows 7 or 8, press Windows Key + Left or Windows Key + Right to make the current window take up the left or right half of your display. You could also drag any window’s title bar to the left or right edges of your screen and release the window. How useful this feature is depends on your monitor’s size and resolution. If you have a large, high-resolution monitor, it will allow you to see a lot. If you have a smaller laptop monitor with the seemingly standard 1366×768 resolution, you won’t be able to see much of each snapped window at once, so snapping windows may not be practical.   • Summit reflections

    So far, my three PASS Summit experiences have been notably different to each other. My first, I wasn’t on the board and I gave two regular sessions and a Lightning Talk in which I told jokes. My second, I was a board advisor, and I delivered a precon, a spotlight and a Lightning Talk in which I sang. My third (last week), I was a full board director, and I didn’t present at all. Let’s not talk about next year. I’m not sure there are many options left. This year, I noticed that a lot more people recognised me and said hello. I guess that’s potentially because of the singing last year, but could also be because board elections can bring a fair bit of attention, and because of the effort I’ve put in through things like 24HOP... Yeah, ok. It’d be the singing. My approach was very different though. I was watching things through different eyes. I looked for the things that seemed to be working and the things that didn’t. I had staff there again, and was curious to know how their things were working out. I knew a lot more about what was going on behind the scenes to make various things happen, and although very little about the Summit was actually my responsibility (based on not having that portfolio), my perspective had moved considerably. Before the Summit started, Board Members had been given notebooks – an idea Tom (who heads up PASS’ marketing) had come up with after being inspired by seeing Bill walk around with a notebook. The plan was to take notes about feedback we got from people. It was a good thing, and the notebook forms a nice pair with the SQLBits one I got a couple of years ago when I last spoke there. I think one of the biggest impacts of this was that during the first keynote, Bill told everyone present about the notebooks. This set a tone of “we’re listening”, and a number of people were definitely keen to tell us things that would cause us to pull out our notebooks. PASSTV was a new thing this year. Justin, the host, featured on the couch and talked a lot of people about a lot of things, including me (he talked to me about a lot of things, I don’t think he talked to a lot people about me). Reaching people through online methods is something which interests me a lot – it has huge potential, and I love the idea of being able to broadcast to people who are unable to attend in person. I’m keen to see how this medium can be developed over time. People who know me will know that I’m a keen advocate of certification – I've been SQL certified since version 6.5, and have even been involved in creating exams. However, I don’t believe in studying for exams. I think training is worthwhile for learning new skills, but the goal should be on learning those skills, not on passing an exam. Exams should be for proving that the skills are there, not a goal in themselves. The PASS Summit is an excellent place to take exams though, and with an attitude of professional development throughout the event, why not? So I did. I wasn’t expecting to take one, but I was persuaded and took the MCM Knowledge Exam. I hadn’t even looked at the syllabus, but tried it anyway. I was very tired, and even fell asleep at one point during it. I’ll find out my result at some point in the future – the Prometric site just says “Tested” at the moment. As I said, it wasn’t something I was expecting to do, but it was good to have something unexpected during the week. Of course it was good to catch up with old friends and make new ones. I feel like every time I’m in the US I see things develop a bit more, with more and more people knowing who I am, who my staff are, and recognising the LobsterPot brand. I missed being a presenter, but I definitely enjoyed seeing many friends on the list of presenters. I won’t try to list them, because there are so many these days that people might feel sad if I don’t mention them. For those that I managed to see, I was pleased to see that the majority of them have lifted their presentation skills since I last saw them, and I happily told them as much. One person who I will mention was Paul White, who travelled from New Zealand to his first PASS Summit. He gave two sessions (a regular session and a half-day), packed large rooms of people, and had everyone buzzing with enthusiasm. I spoke to him after the event, and he told me that his expectations were blown away. Paul isn’t normally a fan of crowds, and the thought of 4000 people would have been scary. But he told me he had no idea that people would welcome him so well, be so friendly and so down to earth. He’s seen the significance of the SQL Server community, and says he’ll be back. It’ll be good to see him there. Will you be there too?

  • The Apple iPad &ndash; I&rsquo;m gonna get it!

    Ad:: SharePoint 2007 Training in .NET 3.5 technologies (more information). Well, heck, here comes another non-techie blogpost. You know I’m a geek, so I love gadgets! I found it RATHER interesting to see all the negative news on the blogosphere about the iPad. The main bitch points are - No Multi tasking No Flash Just a bigger iPhone. So here’s the deal! My view is, the above 3 are EXACTLY what I had personally hoped for in the Apple iPad. Before the release, I had gone on the record saying - “If the Apple Tablet is able to run full fledged iTunes (so I can get rid of iTunes on my desktop, I don’t like iTunes on Windows), can browse the net, can read PDFs, and will be under $1000, I’ll buy it”. Well, so, the released iPad wasn’t exactly like my dream tablet. The biggest downer IMO was it’s inability to run full iTunes. But, really, in retrospect, I like the newly released iPad. And here is why. No Multi tasking and No Flash, means much better battery life. Frankly, I rarely multi task on my laptop/desktop .. yeah I know my OS does .. but ME – I don’t multi task, and I don’t think you do either!! As I type this blogpost, I have a few windows running behind the scenes, but they are simply waiting for me to get back to them. The only thing truly running and I am making use of, other than this blogost, is media player playing some music – which the iPad can do. Also, I am logged into IM/Email – which again, iPad can do via notifications. It does the limited multitasking I need, without chewing down on batteries. Smart thinking, precisely the reason I love the iPhone. I don’t want a bulky battery consuming machine. Lack of flash? Okay sure, I can’t see Hulu on my iPad. That’s some loss. I can see youtube. Also, per Adobe I can’t see some porn sites, which I don’t want to see on my iPad. But, Flash is heavy. Especially flash video. My dream is to see silverlight run on the iPhone and iPad. No flash = not such a big loss. Speaking of battery life – 10 hours is plenty. I haven’t been away from electricity for that long usually, so I’m okay with charging it up when it runs low. It’s really not such a big deal honestly. Finally, eBook functionality – wow! I went on the record saying, eBook readers are not for me, but seriously, the iPad is perfect for my eBook needs at least. And as far it being just a bigger iPhone? I’ve always wanted a bigger iPhone, precisely for the eBook reading experience. I love my iPhone, I love the apps on it. The only thing that sucks about the iPhone is battery life, but other than that, it is the best gadget I have ever bought! And something that runs on mobile chips, is that thin, and those newly written apps .. mail, calendar .. I am very very excited to get my iPad, which will be the 64gig 3G version. The biggest plus in an iPad ……… no contract on data. I am *hoping*, this means that I can buy a SIM card in Europe, and use the iPad here. That would be killer awesome! But hey, if I had to pick downers in the iPad, they would be - - I wish they had a 128G Version. Now that we have a good video viewing machine, I know I’d chew up space quickly.- Sync over WIFI, seriously Apple.  Both for iPhone and iPad.- 3 month wait!!- Existing iPhone users should get a discount on the iPad data plan.   • Agile Testing Days 2012 – My First Conference!

    I’d like to give you a bit of background first… so please bear with me! In 1996, whilst studying for my final year of my degree, I applied for a job as a C++ Developer at a small software house in Hertfordshire  After bodging up the technical part of the interview I didn’t get the job, but was offered a position as a QA Engineer instead. The role sounded intriguing and the pay was pretty good so in the absence of anything else I took it. Here began my career in the world of software testing! Back then, testing/QA was often an afterthought, something that was bolted on to the development process and very much a second class citizen. Test automation was rare, and tools were basic or non-existent! The internet was just starting to take off, and whilst there might have been testing communities and resources, we were certainly not exposed to any of them. After 8 years I moved to another small company, and again didn’t find myself exposed to any of the changes that were happening in the industry. It wasn’t until I joined Red Gate in 2008 that my view of testing and software development as a whole started to expand. But it took a further 4 years for my view of testing to be totally blown open, and so the story really begins… In May 2012 I was fortunate to land the role of Head of Test Engineering. Soon after, I received an email with details for the “Agile Testi However, in my new role, I decided that it was time to bite the bullet and at least go to one conference. Perhaps I could get some new ideas to supplement and support some of the ideas I already had.ng Days” conference in Potsdam, Germany. I looked over the suggested programme and some of the talks peeked my interest. For numerous reasons I’d shied away from attending conferences in the past, one of the main ones being that I didn’t see much benefit in attending loads of talks when I could just read about stuff like that on the internet. So, on the 18th November 2012, myself and three other Red Gaters boarded a plane at Heathrow bound for Potsdam, Germany to attend Agile Testing Days 2012. Tutorial Day – “Software Testing Reloaded” We chose to do the tutorials on the 19th, I chose the one titled “Software Testing Reloaded – So you wanna actually DO something? We’ve got just the workshop for you. Now with even less powerpoint!”. With such a concise and serious title I just had to see what it was about! I nervously entered the room to be greeted by tables, chairs etc all over the place, not set out and frankly in one hell of a mess! There were a few people in there playing a game with dice. Okaaaay… this is going to be a long day! Actually the dice game was an exercise in deduction and simplification… I found it very interesting and is certainly something I’ll be using at work as a training exercise! (I won’t explain the game here cause I don’t want to let the cat out of the bag…) The tutorial consisted of several games, exploring different aspects of testing. They were all practical yet required a fair amount of thin king. Matt Heusser and Pete Walen were running the tutorial, and presented it in a very relaxed and light-hearted manner. It was really my first experience of working in small teams with testers from very different backgrounds, and it was really enjoyable. Matt & Pete were very approachable and offered advice where required whilst still making you work for the answers! One of the tasks was to devise several strategies for testing some electronic dice. The premise was that a Vegas casino wanted to use the dice to appeal to the twenty-somethings interested in tech, but needed assurance that they were as reliable and random as traditional dice. This was a very interesting and challenging exercise that forced us to challenge various assumptions, determine/clarify requirements but most of all it was frustrating because the dice made a very very irritating beeping noise. Multiple that by at least 12 dice and I was dreaming about them all that night!! Some of the main takeaways that were brilliantly demonstrated through the games were not to make assumptions, challenge requirements, and have fun testing! The tutorial lasted the whole day, but to be honest the day went very quickly! My introduction into the conference experience started very well indeed, and I would talk to both Matt and Pete several times during the 4 days. Days 1,2 & 3 will be coming soon…

  • How many developers before continuous integration becomes effective for us?

    There is an overhead associated with continuous integration, e.g., set up, re-training, awareness activities, stoppage to fix "bugs" that turn out to be data issues, enforced separation of concerns programming styles, etc. At what point does continuous integration pay for itself? EDIT: These were my findings The set-up was CruiseControl.Net with Nant, reading from VSS or TFS. Here are a few reasons for failure, which have nothing to do with the setup: Cost of investigation: The time spent investigating whether a red light is due a genuine logical inconsistency in the code, data quality, or another source such as an infrastructure problem (e.g., a network issue, a timeout reading from source control, third party server is down, etc., etc.) Political costs over infrastructure: I considered performing an "infrastructure" check for each method in the test run. I had no solution to the timeout except to replace the build server. Red tape got in the way and there was no server replacement. Cost of fixing unit tests: A red light due to a data quality issue could be an indicator of a badly written unit test. So, data dependent unit tests were re-written to reduce the likelihood of a red light due to bad data. In many cases, necessary data was inserted into the test environment to be able to accurately run its unit tests. It makes sense to say that by making the data more robust then the test becomes more robust if it is dependent on this data. Of course, this worked well! Cost of coverage, i.e., writing unit tests for already existing code: There was the problem of unit test coverage. There were thousands of methods that had no unit tests. So, a sizeable amount of man days would be needed to create those. As this would be too difficult to provide a business case, it was decided that unit tests would be used for any new public method going forward. Those that did not have a unit test were termed 'potentially infra red'. An intestesting point here is that static methods were a moot point in how it would be possible to uniquely determine how a specific static method had failed. Cost of bespoke releases: Nant scripts only go so far. They are not that useful for, say, CMS dependent builds for EPiServer, CMS, or any UI oriented database deployment. These are the types of issues that occured on the build server for hourly test runs and overnight QA builds. I entertain that these to be unnecessary as a build master can perform these tasks manually at the time of release, esp., with a one man band and a small build. So, single step builds have not justified use of CI in my experience. What about the more complex, multistep builds? These can be a pain to build, especially without a Nant script. So, even having created one, these were no more successful. The costs of fixing the red light issues outweighed the benefits. Eventually, developers lost interest and questioned the validity of the red light. Having given it a fair try, I believe that CI is expensive and there is a lot of working around the edges instead of just getting the job done. It's more cost effective to employ experienced developers who do not make a mess of large projects than introduce and maintain an alarm system. This is the case even if those developers leave. It doesn't matter if a good developer leaves because processes that he follows would ensure that he writes requirement specs, design specs, sticks to the coding guidelines, and comments his code so that it is readable. All this is reviewed. If this is not happening then his team leader is not doing his job, which should be picked up by his manager and so on. For CI to work, it is not enough to just write unit tests, attempt to maintain full coverage, and ensure a working infrastructure for sizable systems. The bottom line: One might question whether fixing as many bugs before release is even desirable from a business prespective. CI involves a lot of work to capture a handful of bugs that the customer could identify in UAT or the company could get paid for fixing as part of a client service agreement when the warranty period expires anyway.

Cheryl Lander, Oracle Communications InfoDev Senior Director To be able to download, install and test a product within a day is many times very important for people that are doing the primary evaluation of a software product. If it takes longer, it will require a bigger effort, like a proof-of-concept project with many people involved. Of course, if the product is chosen for a more thorough test, it will probably happen anyway, but then maybe with focus on integration instead of product features. We have a long tradition of creating complex software that is easy to install and test and we have often been praised for the ease of getting our products up and running. One key for this has been that there has always been an installer for Windows, as well as for the production environments that usually are Unix and Linux. And, the windows installer has, in most cases, been released for developing and testing purposes. Lately, this has changed. Our products are very seldom released for the Windows platform, at all. And even the Linux versions are almost always released for 64-bit systems. This is creating problems for many of the people that want to try out our products, since few have access to a 64-bit Linux system of the right platform. Most of us are using a laptop with Windows or Mac OS. Some of us are using Linux or Solaris, but probably a non certified distribution for the product you want to test. My job, among other things, is to develop hands-on practices for our products. For me, it is crucial to have access to environments for installing and using our products. For this reason I have been using virtual machines for many years.I have a ready-made base system, with the necessary tools installed for all the products I create hands-on practices for. Whenever I start working on hands-on practices for a new product or a new version, I just copy the base system and start working with a clean slate. This saves me a lot of time! Now, I would like to start saving time for my favorite student: You! If you are using our products and regularly test new versions you might benefit from the virtual machine that is now available on Oracle Technology Network: The Virtual Machine for the Oracle Communications Service Delivery Platform (SDP) Products. This virtual machine contains an installation of the 64-bit version of Oracle Enterprise Linux, version 6. It also has Oracle Database Express Edition (XE), Oracle Java and Oracle Enterprise Pack for Eclipse installed. By using Oracle VM VirtualBox you may use Windows, OS X, Linux or Solaris on your laptop. VirtualBox can be installed on top of any of these platforms and give you the ability to run virtual machines in your laptop. After downloading and starting the virtual machine you will also need to download the installation files for the product you want to test; for example Oracle Communications Services Gatekeeper or Oracle Communications Online Mediation Controller. In some cases there are lessons and practices available for the products. The freely available courses are listed in Oracle Learning Library as a Collection of Oracle Communications Service Delivery Platform Courses. As time goes by, we will make this list collection bigger. Also, the goal is to update the virtual machine about one to two times per year. So you will always be able to get a well maintained virtual machine for the Service Delivery Platform products from us.   • Use your own domain email and tired of SPAM? SPAMfighter FTW

    I wouldn't post this if I hadn't tried it... and I paid for it myself, so don't anybody be thinking I'm reviewing something someone sent me! Long ago and far away I got very tired of local ISPs and 2nd phone lines and took the plunge and got hooked up to cable... yeah I know the 2nd phone line concept may be hard for everyone to understand, but that's how it was in 'the old days'. To avoid having to change email addresses all the time, I decided to buy a domain name, get minimal hosting, and use that for all email into the house. That way if I changed providers, all the email addresses wouldn't have to change. Of course, about a dozen domains later, I have LOTS of pop email addresses and even an exchange address to my client's server... times have changed. What also has changed is the fact that we get SPAM... 'back in the day' when I was a beta tester for the first ISP in Phoenix, someone tried sending an ad to all of us, and what he got in return for his trouble was a bunch of core dumps that locked up his email... if you don't know what a core dump is, ask your grandfather. But in today's world, we're all much more civilized than that, and as with many things, the criminals seem to have much more rights than we do, so we get inundated with email offering all sorts of wild schemes that you'd have to be brain-dead to accept, but yet... if people weren't accepting them, they'd stop sending them. I keep hoping that survival of the smartest would weed out the mental midgets that respond and then the jumk email stop, but that hasn't happened yet anymore than finding high-quality hearing aids at the checkout line of Safeway because of all the dimwits playing music too loud inside their car... but that's another whole topic and I digress. So what's the solution for all the spam? And I mean *all*... on that old personal email address, I am now getting over 150 spam messages a day! Yes I know that's why God invented the delete key, but I took it on as a challenge, and it's a matter of principle... why should I switch email addresses, or convert from [email protected] to something else, or have all my email filtered through some service just because some A-Hole somewhere has a site up trying to phish Ma & Pa Kettle (ask your grandfather about that too) out of their retirement money? Well... I got an email from my cousin the other day while I was writing yet another email rule, and there was a banner on the bottom of his email that said he was protected by SPAMfighter. SPAMfighter huh.... so I took a look at their site, and found yet one more of the supposed tools to help us. But... I read that they're a Microsoft Gold Partner... and that doesn't come lightly... so I took a gamble and here's what I found: I installed it, and had to do a couple things: 1) SPAMfighter stuffed the SPAMfighter folder into my client's exchange address... I deleted it, made a new SPAMfighter folder where I wanted it to go, then in the SPAMfighter Clients settings for Outlook, I told it to put all spam there. 2) It didn't seem to be doing anything. There's a ribbon button that you can select "Block", and I did that, wondering if I was 'training' it, but it wasn't picking up duplicates 3) I sent email to support, and wrote a post on the forum (not to self: reply to that post). By the time the folks from the home office responded, it was the next day, and first up, SPAMfighter knocked down everything that came through when Outlook opend... two thumbs up! I disabled my 'garbage collection' rule from Outlook, and told Outlook not to use the junk folder thinking it was interfering. 4) Day 2 seemed to go about like Day 1... but I hung in there. 5) Day 3 is now a whole new day... I had left Outlook open and hadn't looked at the PC since sometime late yesterday afternoon, and when I looked this morning, *every bit* of spam was in the SPAMfighter folder!! I'm a new paying customer After watching SPAMfighter work this morning, I've purchased a 1-year license, and I now can sit and watch as emails come in and disappear from my inbox into the SPAMfighter folder. No more continual tweaking of the rules. I've got SPAMfighter set to 'Very Hard' filtering... personally I'd rather pull the few real emails out of the SPAMfighter folder than pull spam out of the real folders. Yes this is simply another way of using the delete key, but you know what? ... it feels good :) Here's a screenshot of the stats after just about 48 hours of being onboard: Note that all the ones blocked by me were during Day 1 and 2... I've blocked none today, and everything is blocked. Stay in the 'Light!

  • WSS 3.0 to SharePoint 2010: Tips for delaying the Visual Upgrade

    My most recent project has been to migrate a bunch of sites from WSS 3.0 (SharePoint 2007) to SharePoint Server 2010.  The users are currently working with WSS 3.0 and Office 2003, so the new ribbon based UI in 2010 will be completely new.  My client wants to avoid the new SharePoint 2010 look and feel until they’ve had time to train their users, so we’ve been testing the upgrades by keeping them with the 2007 user interface. Permission to perform the Visual Upgrade One of the first things we noticed was the default permissions for who was allowed to switch the UI from 2007 to 2010.  By default, site collection administrators and site owners can do this.  Since we wanted to more tightly control the timing of the new UI, I added a few lines to the PowerShell script that we are using to perform the migration.  This script creates the web application, sets the User Policy, and then does a Mount-SPDatabase to attach the old 2007 content database to the 2010 farm.  I added the following steps after the Mount-SPDatabase step: #Remove the visual upgrade option for site owners # it remains for Site Collection administrators foreach ($sc in $WebApp.Sites){ foreach ($web in $sc.AllWebs){ #Visual Upgrade permissions for the site/subsite (web) $web.UIversionConfigurationEnabled = $false; $web.Update(); } } These script steps loop through each Site Collection in a particular web application ($WebApp) and then it loops through each subsite ($web) in the Site Collection ($sc) and disables the Site Owner’s permission to perform the Visual Upgrade. This is equivalent to going to the Site Collection administrator settings page –> Visual Upgrade and selecting “Hide Visual Upgrade”. Since only IT people have Site Collection administrator privileges, this will allow IT to control the timing of the new 2010 UI rollout. Newly created subsites Our next issue was brought to our attention by SharePoint Joel’s blog post last week (http://www.sharepointjoel.com/Lists/Posts/Post.aspx?ID=524 ).  In it, he lists some updates about the 2010 upgrade, and his fourth point was one that I hadn’t seen yet: 4. If a 2007 upgraded site has not been visually upgraded, the sites created underneath it will look like 2010 sites – While this is something I’ve been aware of, I think many don’t realize how this impacts common look and feel for master pages, and how it impacts good navigation and UI. As well depending on your patch level you may see hanging behavior in the list picker. The site and list creation Silverlight control in Internet Explorer is looking for resources that don’t exist in the galleries in the 2007 site, and hence it continues to spin and spin and eventually time out. The work around is to upgrade to SP1, or use Chrome or Firefox which won’t attempt to render the Silverlight control. When the root site collection is a 2007 site and has it’s set of galleries and the children are 2010 sites there is some strange behavior linked to the way that the galleries work and pull from the parent. Our production SharePoint 2010 Farm has SP1 installed, as well as the December 2011 Cumulative Update, so I think the “hanging behavior” he mentions won’t affect us. However, since we want to control the roll out of the UI, we are concerned that new subsites will have the 2010 look and feel, no matter what the parent site has. Ok, time to dust off my developer skills. I first looked into using feature stapling, but I couldn’t get that to work (although I’m pretty sure I had everything wired up correctly).  Then I stumbled upon SharePoint 2010’s web events – a great way to handle this. Using Visual Studio 2010, I created a new SharePoint project and added a Web Event Receiver: In the Event Receiver class, I used the WebProvisioned method to check if the parent site is a 2007 site (UIVersion = 3), and if so, then set the newly created site to 2007:   /// <summary> /// A site was provisioned. /// </summary> public override void WebProvisioned(SPWebEventProperties properties) { base.WebProvisioned(properties);   try { SPWeb curweb = properties.Web;   if (curweb.ParentWeb != null) {   //check if the parent website has the 2007 look and feel if (curweb.ParentWeb.UIVersion == 3) { //since parent site has 2007 look and feel // we'll apply that look and feel to the current web curweb.UIVersion = 3; curweb.Update(); } } } catch (Exception) { //TODO: Add logging for errors } }   This event is part of a Feature that is scoped to the Site Level (Site Collection).  I added a couple of lines to my migration PowerShell script to activate the Feature for any site collections that we migrate. Plan Going Forward The plan going forward is to perform the visual upgrade after the users for a particular site collection have gone through 2010 training. If we need to do several site collections at once, we’ll use a PowerShell script to loop through each site collection to update the sites to 2010.  If it’s just one or two, we’ll be using the “Update All Sites” button on the Visual Upgrade page for Site Collection Administrators. The custom code for newly created sites won’t need to be changed, since it relies on the UI version of the parent site.  If the parent is 2010, then the new site will look 2010.

  • T-SQL Tuesday #34: Help! I Need Somebody!

    Welcome everyone to T-SQL Tuesday Episode 34!  When last we tuned in, Mike Fal (b|t) hosted Trick Shots.  These highlighted techniques or tricks that you figured out on your own which helped you understand SQL Server better. This month, I'm asking you to look back this past week, year, century, or hour...to a time when you COULDN'T figure it out.  When you were stuck on a SQL Server problem and you had to seek help. In the beginning... SQL Server has changed a lot since I started with it.  <Cranky Old Guy> Back in my day, Books Online was neither.  There were no blogs. Google was the third-place search site. There were perhaps two or three community forums where you could ask questions.  (Besides the Microsoft newsgroups...which you had to access with Usenet.  And endure the wrath of...Celko.)  Your "training" was reading a book, made from real dead trees, that you bought from your choice of brick-and-mortar bookstore. And except for your local user groups, there were no conferences, seminars, SQL Saturdays, or any online video hookups where you could interact with a person. You'd have to call Microsoft Support...on the phone...a LANDLINE phone.  And none of this "SQL Family" business!</Cranky Old Guy> Even now, with all these excellent resources available, it's still daunting for a beginner to seek help for SQL Server.  The product is roughly 1247.4523 times larger than it was 15 years ago, and it's simply impossible to know everything about it.*  So whether you are a beginner, or a seasoned pro of over a decade's experience, what do you do when you need help on SQL Server? That's so meta... In the spirit of offering help, here are some suggestions for your topic: Tell us about a person or SQL Server community who have been helpful to you.  It can be about a technical problem, or not, e.g. someone who volunteered for your local SQL Saturday.  Sing their praises!  Let the world know who they are! Do you have any tricks for using Books Online?  Do you use the locally installed product, or are you completely online with BOL/MSDN/Technet, and why? If you've been using SQL Server for over 10 years, how has your help-seeking changed? Are you using Twitter, StackOverflow, MSDN Forums, or another resource that didn't exist when you started? What made you switch? Do you spend more time helping others than seeking help? What motivates you to help, and how do you contribute? Structure your post along the lyrics to The Beatles song Help! Audio or video renditions are particularly welcome! Lyrics must include reference to SQL Server terminology or community, and performances must be in your voice or include you playing an instrument. These are just suggestions, you are free to write whatever you like.  Bonus points if you can incorporate ALL of these into a single post.  (Or you can do multiple posts, we're flexible like that.)  Help us help others by showing how others helped you!   • Taking a Flying Leap

    Yesterday, I went skydiving with three of my children.  It was thrilling, scary, invigorating and exciting. While there is obvious risk involved, the reward and feeling of success was well worth it. You might already be wondering what skydiving would have to with WebCenter, so let me explain. Implementing a skydiving program and becoming an instructor does not happen overnight.  It does not happen with the purchase of the needed technology. Not one of us would go out, buy a parachute, the harnesses, helmet and all the gear and be able to convince anyone that we are now ready to be a skydiving instructor. The fact is that obtaining the technology is merely a small piece of the overall process and so is the case with managing content in your company. You don't just buy the right software (Oracle WebCenter Content) and go to your boss and declare information management success. There is planning, research and effort that goes into deploying software of any kind and especially when it is as mission-critical to the success of your business as Enterprise Content Management. To become a certified skydiving instructor takes at least 3 years of commitment and often longer. In the United States, candidates must complete over 500 solo jumps of their own over a minimum of 36 months and then must complete additional rigorous training under observation.  When you consider the amount of time and effort involved, it's not unlike getting a college degree and anyone that has trusted their lives to one of these instructors will no doubt appreciate their dedication to the curriculum.  Implementing an ECM system won't take that long, but it certainly requires commitment, analysis and consideration. But guess what?  Humans are involved and that means that mistakes can happen and that rules change.  This struck me while reading an excellent post on darkreading.com by Glenn S. Phillips entitled "Mission Impossible: 4 Reasons Compliance is Impossible".  His over-arching point was that with information management and security, environments change and people are involved meaning the work is never done.  He stated that you can never claim your compliance efforts are complete because of the following reasons. People are involved.  And lets face it, some are more trustworthy than others. Change is Constant. There is always some new technology coming along that is disruptive. Consumer grade cloud file sharing and sync tools come to mind here. Compliance is interpreted, not defined.  Laws and the judges that read them are always on the move. Technology is a tool, not a complete solution. There is no magic pill. The skydiving analogy holds true here as well.  Ultimately, a single person packs your parachute.  For obvious reasons, you prefer that this person be trustworthy but there are no absolute guarantees of a 100% error-free scenario.  Weather and wind conditions are never a constant and the best-laid plans for a great day of skydiving are easily disrupted by forces outside of your control.  Rules and regulations vary by location and may be updated at any time and as I mentioned early on, even the best technology on its own will only get you started. The good news is that, like skydiving, with the right technology, the right planning, the right team and a proper understanding of the rules and regulations that govern your industry, your ECM deployment can be a great success.  Failure to plan for any of the 4 factors that Glenn outlined in his article will certainly put your deployment and maybe even your company at risk, so consider them carefully. As a final aside, for those of you who consider skydiving an incredibly dangerous and risky pastime, consider this comparative statistic.  In 2012, the U.S. Parachute Association recorded 19 fatal skydiving accidents in the U.S. out of roughly 3.1 million jumps.  That’s 0.006 fatalities per 1,000 jumps. By comparison, the U.S. National Highway Traffic Safety Administration reports that there were 34,080 deaths due to car accidents in 2012.  Based on the percentages, one could argue that it is safer to jump out of a plane than to drive to the airport where the skydiving will take place. While the way you manage, secure, classify, control, retain and dispose of company files may not carry as much risk as driving or skydiving, it certainly carries risk for the organization when not planned and deployed appropriately.  Consider all the factors involved in your organization as you make your content management plans.  For additional areas of consideration, be sure to download our free whitepaper on the topic entitled "The Top 10 Criteria for Choosing an ECM System" which is available for download here.

  • Managing Your First SharePoint Project or Team

    (*editor’s note* If you have proper SharePoint Training, know the difference between a site and a site collection, and have the utmost respect for the knowledge of your SharePoint team skip this blog and go directly to meetdux.com, do not pass go, do not collect $200… otherwise, please proceed) Dear Mr. or Mrs. I-know-nothing-about-SharePoint-but-hey,-I-have-manager-in-my-title-so-I’ll-tell-you-how-to-your-job, Thank you so much for joining the Acme corporation. We appreciate your eagerness and willingness to jump in and help us accomplish all of our goals here at acme (these roadrunner rockets don’t make themselves). You may have noticed that we have this thing called SharePoint lying around and we have invested some time in money to make it not a complete piece of garbage. So, I thought I’d give you some pointers to help make your stay here enjoyable and productive. Yeah… you don’t really know SharePoint Just because you had a mysite at your last organization or had a SharePoint 2003 team site does NOT mean you comprehend the vastness that is SharePoint. You don’t know what’s going on behind the scenes. You don’t know what should and should not be done. No, we CAN’T just query the SQL database directly. Yes, it really does take that long. No, we can’t do that out-of-the-box. Your experience doesn’t mean as much as you think it means… Yes, I’m aware that you co-created the internet with Al Gore and have been managing projects since I was blowing up GI Joe figures with firecrackers, however SharePoint is not like anything you have worked with before from a management perspective. Please don’t tell us the proper way to do our job or tell us how “you” would do it, and PLEASE don’t utter the words “I used to do some .NET development so let me know if you get stuck and need some guidance.” It MAY be possible for a incredible project manager to manage a SharePoint project and not understand the technology, but if you force your ideas on us or treat us like we don’t really know what we’re doing then you will prove yourself to NOT be one of those types. Oh no you didn’t… Please don’t tell us how you can bring in a group of guys of Kazakhstan to do the project for $20/hr. There are many companies out there who can do some really crappy SharePoint work and we don’t want to be stuck maintaining their junk. Do you know what it means to deploy a solution? Neither do some of those companies out there. However, there are are few AWESOME consulting firms out there but $150/hr is cheap for these guys. Believe me, it’s worth it though. You get what you pay for! Show us some respect We truly do appreciate and value your opinion and experience, but when we tell you something is different in SharePoint don’t be condescending and dismiss OUR experience and opinions. We have spent a lot of time and energy learning a very complicated technology that can open up a world of possibilities when used properly. We just want to make sure it is used properly. It’s not the same as .NET development. It’s not like a regular web application. There’s more going on behind the scenes than you can possibly fathom. Have a little faith in us please and listen when we talk. You may actually learn a thing or two. Take some time to learn the technology There is hope… you don’t have to be totally worthless. Take some time to learn SharePoint. Learn what it is and what it can do. Invest some time in learning our SharePoint environment. What’s our logical architecture and taxonomy? What governance do we have in place? If you just thought “huh?” then yes, I’m talking to you. Sincerely, Your SharePoint Team (This rant is not pointed at any particular organization or person.   • Hiring New IT Employees versus Promoting Internally for IT Positions

    Recently I was asked my opinion regarding the hiring of IT professionals in regards to the option of hiring new IT employees versus promoting internally for IT positions. After thinking a little more about this question regarding staffing, specifically pertaining to promoting internally verses new employees; I think my answer to this question is that it truly depends on the situation. However, in most cases I would side with promoting internally. The key factors in this decision should be based on a company/department’s current values, culture, attitude, and existing priorities.  For example if a company values retaining all of its hard earned business knowledge then they would tend to promote existing employees internal over hiring a new employee. Moreover, the company will have to pay to train an existing employee to learn a new technology and the learning curve for some technologies can be very steep. Conversely, if a company values new technologies and technical proficiency over business knowledge then a company would tend to hire new employees because they may already have experience with a technology that the company is planning on using. In this scenario, the company would have to take on the additional overhead of allowing a new employee to learn how the business operates prior to them being fully effective. To illustrate my points above let us look at contractor that builds in ground pools for example.  He has the option to hire employees that are very strong but use small shovels to dig, or employees weak in physical strength but use large shovels to dig. Which employee should the contractor use to dig a hole for a new in ground pool? If we compare the possible candidates for this job we will find that they are very similar to hiring someone internally verses a new hire. The first example represents the existing workers that are very strong regarding the understanding how the business operates and the reasons why in a specific manner. However this employee could be potentially weaker than an outsider pertaining to specific technologies and would need some time to build their technical prowess for a new position much like the strong worker upgrading their shovels in order to remove more dirt at once when digging. The other employee is very similar to hiring a new person that may already have the large shovel but will need to increase their strength in order to use the shovel properly and efficiently so that they can move a maximum amount of dirt in a minimal amount of time. This can be compared to new employ learning how a business operates before they can be fully functional and integrated in the company/department. Another key factor in this dilemma pertains to existing employee and their passion for their work, their ability to accept new responsibility when given, and the willingness to take on responsibilities when they see a need in the business. As much as possible should be considered in this decision down to the mood of the team, the quality of existing staff, learning cure for both technology and business, and the potential side effects of the existing staff.  In addition, there are many more consideration based on the current team/department/companies culture and mood. There are several factors that need to be considered when promoting an individual or hiring new blood for a team. They both can provide great benefits as well as create controversy to a group. Personally, staffing especially in the IT world is like building a large scale system in that all of the components and modules must fit together and preform as one cohesive system in the same way a team must come together using their individually acquired skills so that they can work as one team.  If a module is out of place or is nonexistent then the rest of the team will suffer until the all of its issues are addressed and resolved. Benefits of Promoting Internally Internal promotions give employees a reason to constantly upgrade their technology, business, and communication skills if they want to further their career Employees can control their own destiny based on personal desires Employee already knows how the business operates Companies can save money by promoting internally because the initial overhead of allowing new hires to learn how a company operates is very expensive Newly promoted employees can assist in training their replacements while transitioning to their new role within a company. Existing employees already have a proven track record in regards fitting in with the business culture; this is always an unknown with all new hires Benefits of a New Hire New employees can energize and excite existing employees New employees can bring new ideas and advancements in technology New employees can offer a different perspective on existing issues based on their past experience. As you can see the decision to promote an existing employee from within a company verses hiring a new person should be based on several factors that should ultimately place the business in the best possible situation for the immediate and long term future.   • Speakers, Please Check Your Time

    Woodrow Wilson was once asked how long it would take him to prepare for a 10 minute speech. He replied "Two weeks". He was then asked how long it would take for a 1 hour speech. "One week", he replied. 2 hour speech? "I'm ready right now," he replied.  Whether that is a true story or an urban legend, I don’t really know, but either way, it is a poignant reminder for all speakers, and particularly apropos this week leading up to the PASS Community Summit. (Cross-posted to the PASS Professional Development Virtual Chapter blog #PASSProfDev.) What’s the point of that story?  Simply this…if you have plenty of time to do your presentation, you don’t need to prepare much because it is easy to throw in more and more material to stretch out to your allotted time.  But if you are on a tight time constraint, then it will take significant preparation to distill your talk down to only the essential points. I have attended seven of the last eight North American Summit events, and every one of them has been fantastic.  The speakers are great, the material is timely and relevant, and the networking opportunities are awesome.  And every year, there is one little thing that just bugs me…speakers going over their allotted time.  Why does it bother me so?  Well, if you look at a typical schedule for a Summit, you’ll see that there are six or more sessions going on at the same time, and only 15 minutes to move from one to another.  If you’re trying to maximize your training dollar by attending something during every session time slot, and you don’t want to be the last guy trying to squeeze into the middle of the row, then those 15 minutes can be critical.  All the more so if you need to stop and use the bathroom or if you have to hike to the opposite end of the convention center.  It is really a bad position to find yourself having to choose between learning the last key points of Speaker A who is going over time, and getting over to Speaker B on time so you don’t miss her key opening remarks. And frankly, I think it is just rude.  Yes, the speakers are the function, after all they are bringing the content that the rest of us are paying to learn.  But it is also an honor to be given the opportunity to speak at a conference like this, and no one speaker is so important that the conference would be a disaster without him.  Speakers know when they submit their abstract, long before the conference, how much time they will have.  It has been the same pattern at the Summit for at least the last eight years.  Program Sessions are 75 minutes long.  Some speakers who have a good track record, and meet other qualifying criteria, are extended an invitation to present a Spotlight Session which is 90 minutes (a 20% increase).  So there really is no excuse.  It’s not like you were promised a 2-hour segment and then discovered when you got here that it was only 75 minutes.  In fact, it’s not like PASS advertised 90-minute sessions for everyone and then a select few were cut back to only 75.  As a speaker, you know well before you get here which type of session you are doing and how long it is, so as a professional, you should plan accordingly. Now you might think that this only happens to rookies, but I’ll tell you that some of the worst offenders are big-name veterans who draw huge attendance numbers for their sessions.  Some attendees blow this off as, “Hey, it’s so-and-so, and I’d stay here for hours and listen to him/her talk.”  To which I would reply, “Then they should have submitted for a pre- or post-conference day-long seminar instead, but don’t try to squeeze your day-long talk into a 90-minute session.”  Now I don’t really believe that these speakers are being malicious or just selfishly trying to extend their time in the spotlight.  I think that most of them are merely being undisciplined and did not trim their presentation sufficiently, or allowed themselves to get off-track (often in a generous attempt to help someone in the audience with a question or problem that really should have been noted for further discussion after the session). So here is my recommendation…my plea, even.  TRIM THE FAT!  Now.  Before it’s too late.  Before you even get on the airplane, take a long, hard look at your presentation and eliminate some of the points that you originally thought you had to make, but in reality are not truly crucial to your main topic.  Delete a few slides.  Test your demos and have them already scripted rather than typing them during your talk.  It is better to cut out too much and end up with plenty of time at the end for Questions & Answers.  And you can always keep some notes on the stuff that you cut out so that you could fill it back in at the end as bonus material if you really do end up with a whole bunch of time on your hands.  But I don’t think you will.  And if you do, that will look even better to the audience as it will look like you’re giving them something extra that not every audience gets.  And they will thank you for that.

  • 4 Ways Your Brand Can Jump From the Edge of Space

    Can your brand’s social media content captivate the world and make it hold its collective breath? Can you put something on the screen that’s so compelling that your audience can’t look away? Will they want to make sure their friends see it so they can talk about it? If not, you’re probably not with Red Bull. I was impressed with Red Bull’s approach to social content even before Felix Baumgartner’s stunning skydive from the edge of space. And then they did this. According to Visible Measures, videos of the jump scored 50 million views in 4 days. 1,700 clips were generated from both official and organic sources. The live stream was the most watched YouTube Stream of all time (8 million concurrent viewers). The 2nd most watched live stream was…Felix’ first attempt Oct. 9. Are you ready to compete with that? I ask that question because some brands are still out there tying themselves up in knots about whether or not they should tweet. The public’s time and attention are scarce commodities, commodities they value greatly. The competition amongst brands for that time and attention is intense and going up like Felix’s capsule. If you still view your press releases as “content,” you won’t even be counted as being among the competition. Here are 5 lessons learned from Red Bull’s big leap: 1. They have a total understanding of their target market and audience. Not only do they have an understanding of it, they do something about it. They act on it. They fill the majority of their thoughts with what the audience wants. They hunger for wild applause from that audience. They want to do things that embrace the audience’s lifestyle and immerse in it so the target will identify the brand as “one of them.” Takeaway: BE your target market. 2. They deliver content that strikes the audience right where they emotionally live. If you want your content to have impact, you have to make your audience’s heart race, or make them tear up, or make them laugh. Label them “data points” all you want, but humans are emotional creatures. No message connects that’s not carried in on an emotion. Takeaway: You’re on the inside. If your content doesn’t make you say “wow,” it’s unlikely it will register with fans. 3. They put aside old school marketing and don’t let their content be degraded into a commercial. Their execs seem to understand the value in keeping a lid on the hard sell. So many brands just can’t bring themselves to disconnect advertising and social content. The result is, otherwise decent content gets contaminated with a desperation the viewer can smell a mile away. Think the Baumgartner skydive didn’t do Red Bull any good since he wasn’t drinking one on the way down while singing a jingle? Analysis company Taykey discovered that at the peak of the skydive buzz, about 1% of all online conversation was about the jump. Mentions of Red Bull constituted 1/3 of 1% of all Internet activity. Views of other Red Bull videos also shot up. Takeaway: Chill out with the ads. Your brand will get full credit for entertaining/informing fans in a relevant way, provided you do it. 4. They don’t hesitate to ask, “What can we do next”? Most corporate cultures are a virtual training facility for “we can’t do that.” Few are encouraged to innovate or think big, if think at all. Thinking big involves faith, and work. It means freedom and letting employees run a little wild with their ideas. There will always be the opportunity to let fear of everything that moves creep in and kill grand visions dead in their tracks. Experimenting must be allowed. Failure must be allowed. Red Bull didn’t think big. They thought mega. They tried to outdo themselves. Felix could have gone ahead and jumped halfway up, thinking, “This is still relatively high up. Good enough.” But that wouldn’t have left us breathless. Takeaway: Go for it. Jump. In putting up social properties and gathering fans of your brand, you’ve basically invited people to a party. A good host doesn’t just set out warm beer and stale chips because that’s inexpensive and easy. Be on the lookout for ways to make your guests walk away saying, “That was epic.”
