    A new Rapid Install startCD (Patch 18086193) for Oracle E-Business Suite Release 12.2 is now available. We recommend that all EBS customers installing or upgrading to EBS 12.2 use this latest update. The startCD updates are distributed to customers via My Oracle Support Patch which can be uncompressed on top of any previous 12.2 startCD under the main staging area.     I'm very pleased to welcome Elke Phelps as a new contributor to this blog.  Elke needs little introduction to most long-time readers, as she's been a pillar of the E-Business Suite sysadmin community for years.  What's special about this announcement is that Elke is joining this blog's panel of guest authors as a member of my Product Management team in the Oracle E-Business Suite Applications Technology Group.  I am thrilled to have her as part of my team and look forward to her contributions to this blog. Here's a short bio: Elke is a Product Manager in the Oracle E-Business Suite Applications Technology Group.  She joined Oracle in 2011 after having been an Oracle customer and Oracle Technologist (Oracle Database Administrator, Oracle Applications DBA, Technical Architect and Technical Manager of an Oracle Applications DBA Team) since 1993. Elke is the lead author of the Oracle Applications DBA Field Guide (Apress 2006) and Oracle R12 Applications DBA Field Guide (Coqui Tech and Press 2010).  Elke is also the founder of the Oracle Applications User Group (OAUG) E-Business Suite Applications Technology Special Interest Group (SIG) and served as President of the SIG from February 2005 - August 2011.  Elke has been a speaker at Oracle OpenWorld and Collaborate since 2004.  Prior to joining Oracle, Elke was designated an Oracle ACE (2007) and Oracle ACE Director (2009).   Elke has a Computer Science Degree and a Masters of Business Administration from the University of Oklahoma.  In her spare time, Elke enjoys traveling especially to Europe, Puerto Rico and the amazing US National Parks.  Elke also enjoys hiking, antiquing, gardening and cooking.

  • What Should You Look for In a CRM Demo?

    I have helped firms evaluate software demos and delivered demos in diverse industries such as manufacturing, healthcare, life sciences, and travel (to name just a few). Here are a few suggestions. First, which vendor has the best fit for your industry? Make sure that the vendor demo staff tell you clearly throughout the demo (not just in a passing comment), what portion of each business process and screen is standard, what has been configured, what has been custom coded, and what has been provided by a partner. If you don't keep asking, what you buy may be less useful than what you saw. This will lead to added (and unbudgeted) costs and time. Second, what are the roles of the primary users? What are their top-most needs, such as exception-oriented dashboards or rapid data entry? Can you get a demo for each key role, showing how the software fits a typical workday? Have the vendor repeatedly tell you what is standard, configured, custom coded, or provided by a partner. Third, how well does the demo balance ease of use with completeness of business processes? One common approach is to hide needed fields or steps that are of low visual value. Another approach is to focus heavily on a visually appealing capability, while downplaying the fit with your key business processes. Result: despite their business acumen, demo attendees may not focus adequately on gaps in business fit So, look for complete disclosure and complete CRM.   • Reference Data Management and Master Data: Are Relation ?

    Submitted By:  Rahul Kamath  Oracle Data Relationship Management (DRM) has always been extremely powerful as an Enterprise Master Data Management (MDM) solution that can help manage changes to master data in a way that influences enterprise structure, whether it be mastering chart of accounts to enable financial transformation, or revamping organization structures to drive business transformation and operational efficiencies, or restructuring sales territories to enable equitable distribution of leads to sales teams following the acquisition of new products, or adding additional cost centers to enable fine grain control over expenses. Increasingly, DRM is also being utilized by Oracle customers for reference data management, an emerging solution space that deserves some explanation. What is reference data? How does it relate to Master Data? Reference data is a close cousin of master data. While master data is challenged with problems of unique identification, may be more rapidly changing, requires consensus building across stakeholders and lends structure to business transactions, reference data is simpler, more slowly changing, but has semantic content that is used to categorize or group other information assets – including master data – and gives them contextual value. In fact, the creation of a new master data element may require new reference data to be created. For example, when a European company acquires a US business, chances are that they will now need to adapt their product line taxonomy to include a new category to describe the newly acquired US product line. Further, the cross-border transaction will also result in a revised geo hierarchy. The addition of new products represents changes to master data while changes to product categories and geo hierarchy are examples of reference data changes.1 The following table contains an illustrative list of examples of reference data by type. Reference data types may include types and codes, business taxonomies, complex relationships & cross-domain mappings or standards. Reference data carries contextual value and meaning and therefore its use can drive business logic that helps execute a business process, create a desired application behavior or provide meaningful segmentation to analyze transaction data. Further, mapping reference data often requires human judgment. Sample Use Cases of Reference Data Management Healthcare: Diagnostic Codes The reference data challenges in the healthcare industry offer a case in point. Part of being HIPAA compliant requires medical practitioners to transition diagnosis codes from ICD-9 to ICD-10, a medical coding scheme used to classify diseases, signs and symptoms, causes, etc. The transition to ICD-10 has a significant impact on business processes, procedures, contracts, and IT systems. Since both code sets ICD-9 and ICD-10 offer diagnosis codes of very different levels of granularity, human judgment is required to map ICD-9 codes to ICD-10. The process requires collaboration and consensus building among stakeholders much in the same way as does master data management. Moreover, to build reports to understand utilization, frequency and quality of diagnoses, medical practitioners may need to “cross-walk” mappings -- either forward to ICD-10 or backwards to ICD-9 depending upon the reporting time horizon. Spend Management: Product, Service & Supplier Codes Similarly, as an enterprise looks to rationalize suppliers and leverage their spend, conforming supplier codes, as well as product and service codes requires supporting multiple classification schemes that may include industry standards (e.g., UNSPSC, eCl@ss) or enterprise taxonomies. Aberdeen Group estimates that 90% of companies rely on spreadsheets and manual reviews to aggregate, classify and analyze spend data, and that data management activities account for 12-15% of the sourcing cycle and consume 30-50% of a commodity manager’s time. Creating a common map across the extended enterprise to rationalize codes across procurement, accounts payable, general ledger, credit card, procurement card (P-card) as well as ACH and bank systems can cut sourcing costs, improve compliance, lower inventory stock, and free up talent to focus on value added tasks. Change Management: Point of Sales Transaction Codes and Product Codes In the specialty finance industry, enterprises are confronted with usury laws – governed at the state and local level – that regulate financial product innovation as it relates to consumer loans, check cashing and pawn lending. To comply, it is important to demonstrate that transactions booked at the point of sale are posted against valid product codes that were on offer at the time of booking the sale. Since new products are being released at a steady stream, it is important to ensure timely and accurate mapping of point-of-sale transaction codes with the appropriate product and GL codes to comply with the changing regulations. Multi-National Companies: Industry Classification Schemes As companies grow and expand across geographies, a typical challenge they encounter with reference data represents reconciling various versions of industry classification schemes in use across nations. While the United States, Mexico and Canada conform to the North American Industry Classification System (NAICS) standard, European Union countries choose different variants of the NACE industry classification scheme.   • From DBA to Data Analyst

    Cross posted from the PASS Blog There is a lot changing in the data professional’s world these days. More data is being produced and stored. More enterprises are trying to use that data to improve their products and services and understand their customers better. More data platforms and tools seem to be crowding the market. For a traditional DBA this can be a confusing and perhaps unsettling time. It’s also a time that offers great opportunity for career growth. I speak from personal experience. We sometimes refer to the “accidental DBA”, the person who finds herself suddenly responsible for managing the database because she has some other technical skills. While it was not accidental, six months ago I was unexpectedly offered a chance to transition out of my DBA role and become a data analyst. I have since come to view this offer as a gift, though at the time I wasn’t quite sure what to do with it. Throughout my DBA career I’ve gotten support from my PASS friends and colleagues and they were the first ones I turned to for counsel about this new situation. Everyone was encouraging and I received two pieces of valuable advice: first, leverage what I already know about data and second, work to understand the business’ needs. Bringing the power of data to bear to solve business problems is really the heart of the job. The challenge is figuring out how to do that. PASS had been the source of much of my technical training as a DBA, so I naturally started there to begin my Business Intelligence education. Once again the Virtual Chapter webinars, local chapter meetings and SQL Saturdays have been invaluable. I work in a large company where we are fortunate to have some very talented data scientists and analysts. These colleagues have been generous with their time and advice. I also took a statistics class through Coursera where I got a refresher in statistics and an introduction to the R programming language. And that’s not the end of the free resources available to someone wanting to acquire new skills. There are many knowledgeable Business Intelligence and Analytics professionals who teach through their blogs. Every day I can learn something new from one of these experts. Sometimes we plan our next career move and sometimes it just happens. Either way a database professional who follows industry developments and acquires new skills will be better prepared when change comes. Take the opportunity to learn something about the changing data landscape and attend a Business Intelligence, Business Analytics or Big Data Virtual Chapter meeting. And if you are moving into this new world of data consider attending the PASS Business Analytics Conference in April where you can meet and learn from those who are already on that road. It’s been said that “the only thing constant is change.” That’s never been more true for the data professional than it is today. But if you are someone who loves data and grasps its potential you are in the right place at the right time.

    The ongoing chaos over Government Agency’s snooping has ignited a heated debate on privacy of personal data and its use by government and/or other institutions. It has created a feeling of disapproval and distrust among users. This incident proves to be a lesson for companies that are looking to leverage their business using a data driven approach. According to analysts, the goal of gathering personal information should be to deliver benefits to both the parties – the user as well as the data collector(government or business). Using data the right way is crucial, and companies need to deploy the right software applications and systems to ensure that their efforts are well-directed. However, there are various issues plaguing analysts regarding available software, which are highlighted below. According to a InformationWeek 2013 Survey of Analytics, Business Intelligence and Information Management where 541 business technology professionals contributed as respondents, it was discovered that the biggest concern was deemed to be the scarcity of expertise and high costs associated with the same. This concern was voiced by as many as 38% of the participants. A close second came out to be the issue of data warehouse appliance platforms being expensive, with 33% of those present believing it to be a huge roadblock. Another revelation made in this respect was that 31% professionals weren’t even sure how Data Analytics can create business opportunities for them. Another 17% shared that they found data platform technologies such as Hadoop and NoSQL technologies hard to learn. These results clearly pointed out that there are awareness and expertise issues that also need much attention. Unless the demand-supply gap of Business Intelligence professionals well versed in data analysis technologies is met, this divide is going to affect how companies make the most of their BI campaigns. One of the key action points that can be taken to salvage the situation, is to provide training on Data Analytics concepts.   • Introducing Agile development after traditional project inception

    About a year and a half ago, I entered a workplace that claimed to do Agile development. What I learned was that this place has adopted several agile practices (such as daily standups, sprint plannings and sprint reviews) but none of the principles (just in time / just good enough mentality, exposing failure early, rich communication). I've now been tasked with making the team more agile and I've been assured that I have complete buy-in from the devs and the business team. As a pilot program, they've given me a project that just completed 15 months of requirements gathering, has a 110 page Analysis & Design document (to be considered as "written in stone"), and where I have no access to the end users (only to the committee made up of the users' managers who won't actually be using the product). I started small, giving them a list of expected deliverables for the first 5 sprints (leaving the future sprints undefined), a list of goals for the first sprint, and I dissected the A&D doc to get enough user stories to meet the first sprint's goals. Since then, they've asked why we don't have all the requirements for all the sprints, why I haven't started working on stuff for the third sprint (which they consider more important but is based off of the deliverables of the first 2 sprints) and are pressing for even more documentation that my entire IT team considers busy-work or un-related to us (such as writing the user manual up-front, documenting all the data fields from all the sprints up front, and more "up-front" work). This has been pretty rough for me as a new project manager, but there are improvements I have effectively implemented such as scrumban for story management, pair programming, and having the business give us customer acceptance tests up front (as part of the requirements documentation). So my questions are: What can I do to more effectively introduce change to a resistant business? Are there other practices that I can introduce on the IT side to help show the business the benefits of agile? The burden of documentation is strangling us - the business still sees it as a risk management strategy instead of as a risk. What can we do to alleviate their documentation concerns and demands (specifically the quantity of documentation and their need for all of it up front)? We are in a separate building from our business, about 3 blocks away and they refuse to have their people on the project co-habitate b/c that person "won't be able to work on their other projects while they're at our building." They expect us to always go over there and to bundle our questions so that we can ask them all at once and not waste that person's time with "constant interruptions." What can we do to get richer communication from them? Any additional advice would also be appreciated. Thanks!

    Process-on-the-Fly #2 - Process is the New App The next generation of business process management and business rules management tools is so powerful that it actually can be seen as the successor to custom-built applications. Being able to define detailed process, flows, decision trees and business helps on both the business and IT side to create powerful, differentiating solutions that would have required extensive custom coding in the past. Now much of the definition can be done ‘on the fly,’ using visual models and (semi) natural language in the nearest proximity to the business. Over the years, ERP systems have been customized to enter organization-specific functionality into the ERP application. This leads to better support for the business, but at the same time involves higher costs for maintenance, high dependency on the personnel involved in this customization, long timelines to deliver change to the system and increased risk involved in upgrading the ERP system. However, the best of both worlds can be created by bringing back the functionality to out-of-the-box usage of the ERP system and at the same time introducing change and flexibility by means of externalized 'Process Apps' in direct connection with the ERP system. The ERP system (or legacy bespoke system, for that matter) is used as originally intended and designed, resulting in more predictable behavior of the system related to usage and performance, and clearly can be maintained in a more standardized and cost-effective way. The Prrocess App externalizes the needed functionality into a highly customizable application outside the ERP for which it is supported by rules engines, task inboxes and can be delivered to different channels. The reasons for needing Process Apps may include the following: The ERP system just doesn't deliver this functionality in a specific industry; the volatility of changing certain functionality is high; or an umbrella type of functionality across (ERP) silos is needed. An example of bringing all this together is around the hiring process for a new employee at a university. Oracle PeopleSoft HCM could be used as the HR system to store all employee details. In the hiring process, an authorization scheme is involved for getting the approval to create a contract for the employee-to-be. In the university world, this authorization scheme is complex and involves faculties/colleges (with different organizational structures) and cross-faculty organizational structures. Including such an authorization scheme into PeopleSoft would require a lot of customization. By adding a handle inside PeopleSoft towards an externalized authorization Process App, the execution of the authorization of the employee is done outside the ERP: in a tool that is aimed to deliver approval schemes via a worklist-type of application. The Process App here works as an add-on to the PeopleSoft system, but can also be extended to support the full lifecycle of the end-to-end hiring process with the possibility to involve multiple applications. The actual core functionality is kept in the supporting ERP systems, while at the same time the Process App acts as an umbrella function to control the end-to-end flow and give insight into the efficiency of the end-to-end process.
