    The primary challenge for companies faced with documenting policies and procedures is to realize that they can do this documentation in-house, with existing resources, using Oracle Tutor. Procedure documentation is a critical success component for supporting corporate governance or other regulatory compliance initiatives and when implementing or upgrading to a new business application.   • Customizing Flowcharts in Oracle Tutor

    Today we're going to look at how you can customize the flowcharts within Oracle Tutor procedures, and how you can share those changes with other authors within your company. Here is an image of a flowchart within a Tutor procedure with the default size and color scheme. You may want to change the size of your flowcharts as your end-users might have larger screens or need larger fonts. To change the size and number of columns, navigate to Tutor Author Author Options Flowcharts. The default is to have 4 columns appear in each flowchart, but, if I change it to six, my end-users will see a denser flowchart. This might be too dense for my end-users, so I will change it to 5 columns, and I will also deselect the option to have separate task boxes. Now let's look at how to customize the colors. Within the Flowchart options dialog, there is a button labeled "Colors." This brings up a dialog box of every object on a Tutor flowchart, and I can modify the color of each object, as well as the text within the object. If I click on the background, the "page" object appears in the Item field, and now I can customize the color and the title text by selecting Select Fill Color and/or Select Text Color. A dialog box with color choices appears. If I select Define Custom Colors, I can make my selections even more precise. Each time I change the color of an object, it appears in the selection screen. When the flowchart customization is finished, I can save my changes by naming the scheme. Although the color scheme I have chosen is rather silly looking, perhaps I want others to give me their feedback and make changes as they wish. I can share the color scheme with them by copying the FCP.INI file in the Tutor\Author directory into the same directory on their systems. If the other users have color schemes that they do not want to lose, they can copy the relevant lines from the FCP.INI file into their file. If I flowchart my document with the new scheme, I can see how it looks within the document. Sometimes just one or two changes to the default scheme are enough to customize the flowchart to your company's color palette. I have seen customers who have only changed the Start object to green and the End object to red, and I've seen another customer who changed every object to some variant of black and orange. The following features of Tutor Author and Publisher software facilitate the creation of accessible HTML content for the disabled community.TablesThe following formatting guidelines will ensure that Tutor documents containing tables will be accessible once they are converted to HTML.• Determine whether a table is a "data table" or whether you are using a table simply for formatting. If it's a data table, you must use a heading for each column, and you should format this heading row as "table heading" style and select Table > Heading Rows Repeat.• For non data tables, it is not necessary to include a heading row.GraphicsTo create accessible graphics, add a caption to the graphic. In Microsoft Office 2000 and greater, right-click on the graphic and select Format Picture > Web (tab) > Alternative Text or select the graphic then Format > Picture > Web (tab) Alternative Text.   • Oracle Tutor: Are Documented Policies and Procedures Necessary?

    People refer to policies and procedures with a variety of expressions including business process documentation, standard operating procedures (SOPs), department operating procedures (DOPs), work instructions, specifications, and so on. For our purpose here, policies and procedures mean a set of documents that describe an organization's policies (rules) for operation and the procedures (containing tasks performed by individuals) to fulfill the policies. When an organization documents policies and procedures properly, they can be the strategic link between an organization's vision and its daily operations. Policies and procedures are often necessary because of some external requirement, such as environmental compliance or other governmental regulations. One example of an external requirement would be the American Sarbanes-Oxley Act, requiring full openness in accounting practices. Here are a few other examples of business issues that necessitate writing policies and procedures: Operational needs -- policies and procedures ensure fundamental processes are performed in a consistent way that meets the organization's needs. Risk management -- policies and procedures are identified by the Committee of Sponsoring Organizations of the Treadway Commission (COSO) as a control activity needed to manage risk. Continuous improvement -- Procedures can improve processes by building important internal communication practices. Compliance -- Well-defined and documented processes (i.e. procedures, training materials) along with records that demonstrate process capability can demonstrate an effective internal control system compliant with regulations and standards. In addition to helping with the above business issues, policies and procedures can support the basic needs of employees and management.   • Oracle Tutor - Is Anyone Reading Your Documentation?

    If you are responsible for documenting your business practices, wouldn't it be nice to know if anyone is using the documentation? If the employees find it useful? You might want to consider surveying the users of the documentation on a regular basis. There are a number of free survey tools online (search for "free survey tools"), and you can have a survey ready in a matter of minutes. It's as simple as gathering a list of questions and a list of email addresses. For the questions, here are some suggestions. How often do you access the policy and procedure site? How useful is the site? How easy is it to navigate the site? How often are your questions answered on the site? What suggestions do you have to make the site more useful? You may want to consider just asking a few questions each month so that employees can complete the survey in less than 5 minutes (you'll get more responses). Make sure you have several comment boxes in the survey so that the employees can give suggestions. As the users of your documentation, the employees may have some terrific ideas that will enhance the usability of your policy and procedure site.   • Transform your Oracle Tutor Documents to Your Corporate Standard

    You have all of your company's processes documented in Oracle Tutor, and now you want to get the HTML files to reflect your company's corporate look and feel. How are you going to do this without having an HTML guru to change every HTML page? The good news is you do not need to be an HTML expert to make minor changes to your documents. All Tutor HTML files are attached to a group of style sheets, so any changes you make to the style sheets will immediately be reflected in all of your HTML documents. If you want to give it a try, here's what you do (please note that these tips are applicable to release Oracle Tutor 12.2 and greater): Navigate to your Tutor HTML directory, and copy into a draft folder a representative group of HTML files (don't forget the flowchart image files that are associated with the procedures). You'll also need to copy the following files: tutor.css tutor_notabs.css tutor_scripts.js tutor_tabs.css flow_icon.gif Here's the default look to the Oracle Tutor desk manual. Let's say I want to use my company's corporate style in the HTML documents. At Oracle, we use Oracle Red (FF0000), Oracle Black (000000), and Oracle Gray (666666). So I want to incorporate those colors into the Tutor HTML files. I open tutor.css from the draft folder in a text editor. My preference is to use Notepad, but there are others. Make sure, however, that it is a text editor, and not a word processing program. I want to change the headings to Oracle Red. The desk manual title is listed as the DMPAGETITLE, so I find that in tutor.css. The style names in the style sheets are descriptive, but sometimes you may have to experiment to find the right style (this is why you're working in a draft folder). I change the color attribute to FF00000, and then I save the document. Now I look at one of the desk manuals in my draft folder. I've successfully changed the title of the desk manual, so, now that I have more confidence that I can do this, I start changing other styles. I need to make changes in the tutor_tabs.css file as well, so I open that document. Then I look at one of the procedures. Oops! All that red is distracting, and the users may not be able to follow their procedures. So I go back to the corporate style guide, and I find some shades of gray that have been approved. So I use that, and it is now more readable. It's good enough for a first draft, and I would show it to my colleagues at this point to get their input.   • Oracle Tutor: XPDL conversion (and why you should care)

    You may have noticed that the Oracle Business Process Converter feature in Tutor 14 supports "XPDL" conversion to Oracle Business Process Analysis Suite (BPA), Oracle Business Process Management Suite (BPM), and Oracle Tutor, and you may have briefly wondered "what is XPDL?" before you moved on to the Visio import feature (a very popular feature in Tutor 14). This posting is for those who do not yet understand (or care) about XPDL and process modeling. Many of us (and I'm including myself) have spent years working in the process definition arena: we've written procedures, designed systems and software to help others write procedures, and have been responsible for embedding policies and procedures into training material for employees. We've worked with tools such as Oracle Tutor, Microsoft Visio, Microsoft Word, and UPK. Most of us have never worked with "modeling tools" before, and we certainly never had to understand BPMN. It's a brave new world in this arena, and companies desperately need people with policy and procedural system expertise to be able to work with system analysts so there is a seamless transfer of knowledge from IT to employees. When working with applications, a picture is worth a thousand words, so eventually you're going to need to understand and be able to work with business process models. XPDL is an acronym for XML Process Definition Language, and it is an interchange format for business process models. It allows you to take a BPMN model that was developed in one workflow application such as BizAgi and import it into another workflow application or a true BPMN management system such as Oracle BPM. Specifically, the XPDL format contains the graphical information of a model as well as any executable information. By using a common format, models can be moved from a basic modeling application used by business owners to applications used by system architects. Over 80 applications support the XPDL format, including MetaStorm ProVision, BEA ALBPM, BizAgi, and Tibco. I mention these applications because we have provided XSLT mapping files specifically for these vendors. Oracle Business Process Converter was designed with user extensibility in mind, and thus users can add their own XML files so that additional XPDL models from other vendors can be converted to BPM, BPA, and Oracle Tutor. Instructions on how to add your own files can be found in Appendix 4 of the Oracle Business Converter manual. Let's take a visual look at how this works. Here is an example of a model devloped in BizAgi: This model can be created by the average business user without a large learning curve, and it's a good start for the system analyst who will be adding web services as well as for the business manager who manages the process described in the model. By exporting this model as XPDL, the information can be converted into Oracle BPA and Oracle BPM as well as converted to Oracle Tutor to become the framework for a procedure. Through this conversion feature, one graphic illustration of a business process can be used by a system analyst, business analyst, business manager, and employee, as seen below. Model Converted to Tutor Procedure Below is the task section of the procedure after conversion from an XPDL file. Model converted to BPA Model converted to BPM End users still want step by step instructions on how to perform their jobs, so procedures (Oracle Tutor) and application simulations (UPK) are still a critical piece of the solution. But IT professionals need graphic descriptions of how the applications work, regardless of whether there are any tasks involving humans. Now there is a way to convert procedures (Oracle Tutor docx files) and basic models (XPDL files) so that business managers and system analysts can share process information.     Overview Your organization (executives, managers, and employees) understands the value of having written business process documents (process maps, procedures, instructions, reference documents, and form abstracts). Policies and procedures should be documented because they help to reduce the range of individual decisions and encourage management by exception: the manager only needs to give special attention to unusual problems, not covered by a specific policy or procedure. As more and more procedures are written to cover recurring situations, managers will begin to make decisions which will be consistent from one functional area to the next.Companies should take a project management approach when implementing an environment for a sustainable documentation program and do the following:1. Identify an Executive Champion2. Put together a winning team3. Assign ownership4. Centralize publishing5. Establish the Document Maintenance Process Up Front6. Document critical activities only7. Document actual practice8. Minimize documentation9. Support continuous improvement10. Keep it simple 1. Identify an Executive ChampionAppoint a top down driver. Select one key individual to be a mentor for the procedure planning team. The individual should be a senior manager, such as your company president, CIO, CFO, the vice-president of quality, manufacturing, or engineering. Written policies and procedures can be important supportive aids when known to express the thinking for the chief executive officer and / or the president and to have his or her full support. 2. Put Together a Winning TeamChoose a strong Project Management Leader and staff the procedure planning team with management members from cross functional groups. Make sure team members have the responsibility - and the authority - to make things happen.The winning team should consist of the Documentation Project Manager, Document Owners (one for each functional area), a Document Controller, and Document Specialists (as needed). The Tutor Implementation Guide has complete job descriptions for these roles. 3. Assign Ownership It is virtually impossible to keep process documentation simple and meaningful if employees who are far removed from the activity itself create it. It is impossible to keep documentation up-to-date when responsibility for the document is not clearly understood.Key to the Tutor methodology, therefore, is the concept of ownership. Each document has a single owner, who is responsible for ensuring that the document is necessary and that it reflects actual practice. The owner must be a person who is knowledgeable about the activity and who has the authority to build consensus among the persons who participate in the activity as well as the authority to define or change the way an activity is performed. The owner must be an advocate of the performers and negotiate, not dictate practices.In the Tutor environment, a document's owner is the only person with the authority to approve an update to that document. 4. Centralize Publishing Although it is tempting (especially in a networked environment and with document management software solutions) to decentralize the control of all documents -- with each owner updating and distributing his own -- Tutor promotes centralized publishing by assigning the Document Administrator (gate keeper) to manage the updates and distribution of the procedures library. 5. Establish a Document Maintenance Process Up Front (and stick to it) Everyone in your organization should know they are invited to suggest changes to procedures and should understand exactly what steps to take to do so. Tutor provides a set of procedures to help your company set up a healthy document control system. There are many document management products available to automate some of the document change and maintenance steps. Depending on the size of your organization, a simple document management system can reduce the effort it takes to track and distribute document changes and updates. Whether your company decides to store the written policies and procedures on a file server or in a database, the essential tasks for maintaining documents are the same, though some tasks are automated. 6. Document Critical Activities Only The best way to keep your documentation simple is to reduce the number of process documents to a bare minimum and to include in those documents only as much detail as is absolutely necessary. The first step to reducing process documentation is to document only those activities that are deemed critical. Not all activities require documentation. In fact, some critical activities cannot and should not be standardized. Others may be sufficiently documented with an instruction or a checklist and may not require a procedure. A document should only be created when it enhances the performance of the employee performing the activity. If it does not help the employee, then there is no reason to maintain the document. Activities that represent little risk (such as project status), activities that cannot be defined in terms of specific tasks (such as product research), and activities that can be performed in a variety of ways (such as advertising) often do not require documentation. Sometimes, an activity will evolve to the point where documentation is necessary. For example, an activity performed by single employee may be straightforward and uncomplicated -- that is, until the activity is performed by multiple employees. Sometimes, it is the interaction between co-workers that necessitates documentation; sometimes, it is the complexity or the diversity of the activity.7. Document Actual Practices The only reason to maintain process documentation is to enhance the performance of the employee performing the activity. And documentation can only enhance performance if it reflects reality -- that is, current best practice. Documentation that reflects an unattainable ideal or outdated practices will end up on the shelf, unused and forgotten.Documenting actual practice means (1) auditing the activity to understand how the work is really performed, (2) identifying best practices with employees who are involved in the activity, (3) building consensus so that everyone agrees on a common method, and (4) recording that consensus.8. Minimize Documentation One way to keep it simple is to document at the highest level possible. That is, include in your documents only as much detail as is absolutely necessary.When writing a document, you should ask yourself, What is the purpose of this document? That is, what problem will it solve?By focusing on this question, you can target the critical information.• What questions are the end users likely to have?• What level of detail is required?• Is any of this information extraneous to the document's purpose? Short, concise documents are user friendly and they are easier to keep up to date. 9. Support Continuous Improvement Employees who perform an activity are often in the best position to identify improvements to the process. In other words, continuous improvement is a natural byproduct of the work itself -- but only if the improvements are communicated to all employees who are involved in the process, and only if there is consensus among those employees.Traditionally, process documentation has been used to dictate performance, to limit employees' actions. In the Tutor environment, process documents are used to communicate improvements identified by employees. How does this work? The Tutor methodology requires a process document to reflect actual practice, so the owner of a document must routinely audit its content -- does the document match what the employees are doing? If it doesn't, the owner has the responsibility to evaluate the process, to build consensus among the employees, to identify "best practices," and to communicate these improvements via a document update. Continuous improvement can also be an outgrowth of corrective action -- but only if the solutions to problems are communicated effectively. The goal should be to solve a problem once and only once, which means not only identifying the solution, but ensuring that the solution becomes part of the process. The Tutor system provides the method through which improvements and solutions are documented and communicated to all affected employees in a cost-effective, timely manner; it ensures that improvements are not lost or confined to a single employee. 10. Keep it Simple Process documents don't have to be complex and unfriendly. In fact, the simpler the format and organization, the more likely the documents will be used. And the simpler the method of maintenance, the more likely the documents will be kept up-to-date. Keep it simply by:• Minimizing skills and training required• Following the established Tutor document format and layout• Avoiding technology just for technology's sake No other rule has as major an impact on the success of your internal documentation as -- keep it simple.   • Oracle Tutor: Installing Is Not Implementing or Why CIO's should care about End User Adoption

    Eighteen months ago I showed Tutor and UPK Productive Day One overview to a CIO friend of mine. He works in a manufacturing business which had been recently purchased by a global conglomerate. He had a major implementation coming up, but said that the corporate team would be coming in to handle the project. I asked about their end user training approach, but it was unclear to him at the time. We were in touch over the course of the implementation project. The major activities were data conversion, how-to workshops, General Ledger realignment, and report definition. The message was "Here's how we do it at corporate, and here's how you are going to do it." In short, it was an application software installation. The corporate team had experience and confidence and the effort through go-live was smooth. Some weeks after cutover, problems with customer orders began to surface. Orders could not be fulfilled in a timely fashion. The problem got worse, and the corporate emergency team was called in. After many days of analysis, the issue was tracked down and resolved, but by then there were weeks of backorders, and their customer base was impacted in a significant way. It took three months of constant handholding of customers by the sales force for good will to be reestablished, and this itself diminished a new product sales push. I learned of these results in a recent conversation with the CIO. I asked him what the solution to the problem was, and he replied that it was twofold. The first component was a lack of understanding by customer service reps about how a particular data item in order entry was to be filled in, resulting in discrepant order data. The second component was that product planners were using this data, along with data from other sources, to fill in a spreadsheet based on the abandoned system. This spreadsheet was the primary input for planning data. The result of these two inaccuracies was that key parts were not being ordered to effectively meet demand and the lead time for finished goods was pushed out by weeks. I reminded him about the Productive Day One approach, and it's focus on methodology and tools for end user training. A more collaborative solution workshop would have identified proper applications use in the new environment. Using UPK to document correct transaction entry would have provided effective guidelines to the CSRs for data entry. Using Oracle Tutor to document the manual tasks would have eliminated the use of an out of date spreadsheet. As we talked this over, he said, "I wish I knew when I started what I know now." Effective end user adoption is the most critical and most overlooked success factor in applications implementations. When the switch is thrown at go-live, employees need to know how to use the new systems to do their jobs. Their jobs are made up of manual steps and systems steps which must be performed in the right order for the implementing organization to operate smoothly. Use Tutor to document the manual policies and procedures, use UPK to document the systems tasks, and develop this documentation in conjunction with a solution workshop.     UPK & Tutor Developers are a creative bunch and we hear from lots of customers using our tools in a variety of ways that bring value to their organizations. A large retail organization uses UPK to teach cash handling skills at each of their stores, a national packaging company uses it for their phone system training. A university's technical team uses UPK to capture customizations that are being made to their HCM and FIN applications, building a library of topics purely for the technical team around how customizations were done including who requested them and why.   • Oracle Tutor: *** CAUTION to Word .docx Users ***

    Microsoft released a security update KB969604 for Office 2007 (around June 2009) This update causes document variables within Word docx files to be scrambled. This update might still be pushed out via Office 2007 updates DO NOT save files as docx using MS OFFICE 2007 until you apply the MS hotfix # 970942 available here If you are using Windows XP with Office 2003 or Office 2000 and have installed an older Office 2007 compatibility pack, documents saved as docx may also cause the scrambled document variables. Installing the 2007 compatibility pack published on 1/6/2010 (version 4) will prevent the document variables from becoming corrupt. Those on Windows 2000 may not be able to install the latest compatibility pack, or the compatibility pack may not function properly. This situation will hopefully be rectified in the coming months. What is a document variable? Document variables store data inside the document, invisible to the user. The Tutor software uses them when converting the document to HTML and when creating the flowchart, just to name a couple of uses. How will you know if a document's variables are scrambled? The difficulty in diagnosing the issue is that the symptoms can take myriad forms. There isn't a single error message or a single feature that one can point to and say, "test for the problem by doing this." The best clue about the error is seeing any kind of string in an error message that has garbage characters, question marks, xml code snippets, or just nonsense. Such as "Language ?????????????xlr;lwlerkjl could not be found." It is also possible to see the corrupted data in the footers of the Word docs. And, just because the footers look correct does not mean that the document variables are not corrupted. The corruption problem does not occur in every document variable in the document, just some of them. Often it is less than a quarter of them. What is the difference between docx files and doc files? Office 2007 uses Office Open XML formats with .docx and .docm filename extensions. - Docx is an Office Open XML word document. - Docm is a macro enabled Office Open XML document. This means the file structure behind the scenes is quite different from the binary file formats used prior to Office 2007 such as .doc, .dot, .xls, and .ppt.   • From the Tips Box: Pre-installation Prep Work Makes Service Pack Upgrades Smoother

    Last month Microsoft rolled out Windows 7 Service Pack 1 and, like many SP releases, quite a few people are hanging back to see what happens. If you want to update but still error on the side of caution, reader Ron Troy  offers a step-by-step guide. Ron’s cautious approach does an excellent job minimizing the number of issues that could crop up in a Service Pack upgrade by doing a thorough job updating your driver sets and clearing out old junk before you roll out the update. Read on to see how he does it: Just wanted to pass on a suggestion for people worried about installing Service Packs.  I came up with a ‘method’ a couple years back that seems to work well. Run Windows / Microsoft Update to get all updates EXCEPT the Service Pack. Use Secunia PSI to find any other updates you need. Use CCleaner or the Windows disk cleanup tools to get rid of all the old garbage out there.  Make sure that you include old system updates. Obviously, back up anything you really care about.  An image backup can be real nice to have if things go wrong. Download the correct SP version from Microsoft.com; do not use Windows / Microsoft Update to get it.  Make sure you have the 64 bit version if that’s what you have installed on your PC. Make sure that EVERYTHING that affects the OS is up to date.  That includes all sorts of drivers, starting with video and audio.  And if you have an Intel chipset, use the Intel Driver Utility to update those drivers.  It’s very quick and easy.  For the video and audio drivers, some can be updated by Intel, some by utilities on the vendor web sites, and some you just have to figure out yourself.  But don’t be lazy here; old drivers and Windows Service Packs are a poor mix. If you have 3rd party software, check to see if they have any updates for you.  They might not say that they are for the Service Pack but you cut your risk of things not working if you do this. Shut off the Antivirus software (especially if 3rd party). Reboot, hitting F8 to get the SafeMode menu.  Choose SafeMode with Networking. Log into the Administrator account to ensure that you have the right to install the SP. Run the SP.  It won’t be very fancy this way.  Maybe 45 minutes later it will reboot and then finish configuring itself, finally letting you log in. Total installation time on most of my PC’s was about 1 hour but that followed hours of preparation on each. On a separate note, I recently got on the Nvidia web site and their utility told me I had a new driver available for my GeForce 8600M GS.  This laptop had come with Vista, now has Win 7 SP1.  I had a big surprise from this driver update; the Windows Experience Score on the graphics side went way up.  Kudo’s to Nvidia for doing a driver update that actually helps day to day usage.  And unlike ATI’s updates (which I need for my AGP based system), this update was fairly quick and very easy.  Also, Nvidia drivers have never, as I can recall, given me BSOD’s, many of which I’ve gotten from ATI (TDR errors).How to Enable Google Chrome’s Secret Gold IconHTG Explains: What’s the Difference Between the Windows 7 HomeGroups and XP-style Networking?Internet Explorer 9 Released: Here’s What You Need To Know

    My family is looking for a programming/computer science tutor. Personally, I want to learn Java or some other brand of web programming. I am best described as a PC "power user." I have never programmed in the past and would like a good jump start. I am a very quick learner and do not expect the tutor to have to teach me the ultra basic stuff that I can learn myself. My son also needs a programming tutor. He just got into Carnegie Mellon as a computer science major. Having done only robotics and mathematics in the past he is very nervous that he does not have the same level of knowledge as his future classmates. I need some help coming up with a list of questions to ask potential tutors and some criteria to judge them by. Thanks! Edit: So far I have come up with just the obvious...   • Upgrading to Oracle Enterprise Manager 12c Release 2: Top Tips One Must Know

    Recently Oracle announced incremental release of Enterprise Manager 12c called Enterprise Manager 12c Release 2 (EM12c R2) which includes several new exciting features (Press announcement). Right before the official release, we upgraded an internal production site from EM 12c R1 to EM 12c R2 and had an extremely pleasant experience. Let me share few key takeaways as well as few tips from this upgrade exercise. I - Why Should You Upgrade To Enterprise Manager 12c Release 2 While an upgrade is usually recommended primarily to take benefit of the latest features (which is valid for this upgrade as well), I found several other compelling reasons purely from deployment perspective. Standardize your EM deployment:  Enterprise Manager comprises of several different components (OMS, agents, plug-ins, etc) and it might be possible that these are at varied patch levels in your environment. For instance, in case of an environment containing Bundle Patch 1 (customer announcement), there is a good chance that you may not have all the components up-to-date. There are two possible reasons. Bundle Patch 1 involved patching different components (OMS, agents, plug-ins) with multiple one-off patches which may not have been applied to all components yet. Bundle Patch 1 for different platforms were not released together. Which means you may not have got the chance to patch all the components on different platforms. Note: BP1 patches are not mandatory to upgrade to EM12c R2 release EM 12c R2 provides an excellent opportunity to standardize your Cloud Control environment (OMS, repository and agents) and plug-ins to latest versions in single shot. All platform releases are made available simultaneously: For the very first time in the history of EM release, all the platforms were released on day one itself, which means you do not need to wait for platform specific binaries for EM OMS or Agent to perform install or upgrades in a heterogeneous environment. Highly refined and automated process – Upgrade process is by far the smoothest and the cleanest as compared to previous releases of Enterprise manager. Following are the ones that stand out. Automatic Plug-in management – Plug-in upgrade along with new plug-in deployment is supported in upgrade installer wizard which means bulk of the updates to OMS and repository can be done in the same workflow. Saves time and minimizes user inputs. Plug-in Upgrade or Migrate Auto Update: While doing the OMS and repository upgrade, you can use Auto Update screen in Oracle Universal Installer to check for any updates/patches. That will help you to avoid the know issues and will make sure that your upgrade is successful. Allows mass upgrade of EM Agents – A new dedicated menu has been added in the EM console for agent upgrade. Agent upgrade workflow is extremely simple that requires agent name as the only input. ADM / JVMD Manager/Agent upgrade – complete process is supported via UI screens. EM12c R2 Upgrade Guide is much simpler to follow as compared to those for earlier releases. This is attributed to the simpler upgrade process. Robust and Performing Platform: EM12c R2 release not only includes several new features, but also provides a more stable platform which incorporates several fixes and enhancements in the Enterprise Manager framework. II - Few Tips To Remember In my last post (blog link) I shared few tips and tricks from my experience applying the Bundle Patch. Recently I upgraded the same site to EM 12c R2 and found few points that you must take note of, while planning this upgrade. The tips below are also applicable to EM 12c R1 environments that do not have Bundle Patch 1 patches applied. Verify the monitored application certification – Specific targets like E-Business Suite have not yet been certified as managed target in EM 12c R2. Therefore make sure to recheck the Enterprise Manager certification Matrix on My Oracle Support before planning the upgrade. Plan downtime – Because EM 12c R2 is an incremental release of EM 12c, for EM 12c R1 to EM 12c R2 upgrade supports only 1-system upgrade approach, which mean there will be downtime. OMS name change after upgrade – In case of multi OMS environments, additional OMS is renamed after upgrade, which has few implications when you upgrade JVMD and ADP agents on OMS. This is well documented in upgrade guide but make sure you read through all the notes. Upgrading BI Publisher– EM12c R2 is certified with BI Publisher 11.1.1.6.0 only. Therefore in case you are using EM 12c R1 which is integrated with BI Publisher 11.1.1.5.0, you must upgrade the BI Publisher to 11.1.1.6.0. Follow the steps from Advanced Installation and Configuration Guide here. Perform Post upgrade Tasks – Make sure to perform post upgrade steps mentioned in documentation here. These include critical changes that must be done right after upgrade to get the right configuration. For instance Database plug-in should be upgraded to Revision 3 (12.1.0.2.0 [u120804]). Delete old OMS Home – EM12c R1 to EM12c R2 is an out of place upgrade, which means it creates a new oracle home for OMS, plug-ins, etc. Therefore please ensure that You have sufficient extra space for new OMS before starting the upgrade process. You clean up the old OMS home after the upgrade process. Steps are available here. DO NOT remove the agent home on OMS host, because agent is upgraded in-place. If you have standby OMS setup then do look into the steps to upgrade the standby OMS from the upgrade guide before going ahead. Read the right documentation – Make sure to follow the Upgrade guide which provides the most comprehensive information on EM12c R2 upgrade process. Additionally you can refer other resources to get familiar with upgrade concepts.
