  • The Minimalist's Approach to Content Governance

    This week on the blog, we want to focus on the content lifecylce and how important it is to have the tools in place to be able to properly manage all te phases of the content lifecylce. John Brunswick has some great advice when it comes to this topic, so expect to hear a lot from him this week! Originally posted by John Brunswick. Let's be honest - content governance is far from an exciting topic. BUT the potential of a very small intranet team creating and maintaining a platform that provides an organization with relevant, high value information, helping workers to get their jobs done with greater accuracy and in less time is exciting. It is easy to quickly start producing content, but the challenge is ensuring that the environment is easy to navigate and use on the third week and during the third year.   What can be done to bridge this gap? Over the next few blog entries let's take a pragmatic, minimalistic view of a process that can help any team manage a wealth of unstructured information. Based on an earlier article that I wrote around Portal Governance, I am going to focus on using technology as much as possible to support the governance of content with minimal involvement from users. The only certainty about content production is that business users are not fans of maintaining content. Maintenance is overhead and is a long-term investment thats value will possibly not be realized under the current content creator's watch. To add context to how we will use technical tools in this process, each post will highlight one section of the content lifecycle process as outlined below Content Lifecycle Stages 1. Request - Understand the education, purpose, resource and success criteria for content 2. Create - Determine access and workflow for content 3. Manage - Understand ownership and review cycles 4. Retire - Act on thresholds established during the request stage Within each state we will also elaborate as to 1. Why - why would we entertain doing this? 2. How - the steps that are needed to make it happen 3. Impact - what is the net benefit or loss based on the process Over the course of this week, we will dive deep into the stages and the minimal amount of time, effort and process within each to make some meaningful gains in the improvement of user experience and productivity in their search for information. It might be a stretch to say that we can make content governance exciting, but hopefully it can end up being painless and paying dividends.   • SharePoint - DIP problem on local copies downloaded from the portal

    Our users have issues where the Document Information Panel(DIP) appears on Word, Excel, PPT documents. Here is the scenario: User downloads a copy of a template from the portal to his/her local hard drive. User edits that template and renames the file, again saving it to his/her local drive. User continues to edit and update that new document, and it continues to prompt him/her for document information as if the user was saving it on the portal. User clicks the “X” to remove this DIP bar, the next time he/she opens the local file it comes back. Is there anything I can do to make the DIP NOT SHOW on the local copies? Thanks!

    As we’ve been discussing this week, employee engagement is extremely important and you’ve probably realized that effectively engaging your employees is essential to driving business value. Your employees are the ones responsible for executing on the business’ objectives. Your employees (in the sales & service departments) are the ones interacting with your customers the most, so delivering on customer expectations and attaining high levels of customer engagement are simply not possible without successfully empowering these this stakeholder group. High employee and partner engagement can have many benefits including: Higher levels of employee productivity Longer employee retention Stronger, more enduring and more successful relationships Serving as ambassadors for an organization’s brand More likely to deliver excellent customer service Referring others for hire Recommending the organization’s products and services Sharing feedback with their colleagues In a way, engagement is a measure of employee investment in an organization’s mission and brand. And then you have the enablement piece of this as well.  It’s hard to imagine a high level of engagement existing among employees who don’t feel that they’ve been enabled to do their jobs very efficiently or effectively. You’re just not going to find high engagement among people if the everyday processes and technologies  they work with make it a challenge for them to access, share and manage the information  they need do their jobs or if they’re unable to effectively collaborate around the projects they’re working on.   • Cannot login to zabbix web portal

    I've managed to install Zabbix22-server on CentOS 6.x along with php-fpm and nginx. I can view the page of 127.0.0.1 but I can only see this: After clicking the "Login" button, the page is the same: What can I do to make it work as expected, so that I can login as admin? Here are some confs: nginx_zabbix.conf: server { listen 80; add_header X-Frame-Options "SAMEORIGIN"; access_log /var/log/nginx/zabbix.log; error_log /var/log/nginx/zabbix.err.log; client_max_body_size 500M; # This folder is a soft link to /usr/share/zabbix # the permssion has been set to nginx:nginx recursively. root /var/www/zabbix; location / { index index.html index.htm index.php; } location ~ \.php$ { fastcgi_pass 127.0.0.1:9000; fastcgi_index index.php; include fastcgi.conf; fastcgi_param PATH_INFO $path_info; } } php-fpm is using its default values, with permission user/group set to nginx (rather than apache) Folder /var/lib/php/session has been set to nginx:nginx with permission 770.     I understand this is an open ended question and not quite sure how to add this to community wiki, if that is appropriate. I am doing a little research on where small companies would go on the internet to get answers for technology related questions. Could be around sales, servers, programming, etc. Clearly superuser.com, serverfault.com, and stackoverflow.com are excellent starting points. I am just wondering if anyone has heard of any others. Think a "facebook" that links technology providers with small companies to help answer questions and potentially provide/offer solutions. Thanks!

  • MS project publishing to TFS web portal display

    So, when we initially created our MPP schedule, I made use of indends / subordinates to break down the project by the various stages of the lifecycle, which is fine... no issues there... But now that I'm trying to publish this over to TFS display, it'll only pick up the actual "action items / sub-tasks" seeing as I have resource allocation specified. So for example I have an "Analysis" phase with a few items underneath, and "System Requirements" phase with the same items, so when I publish these to TFS, it won't display the "Parent" distinction between items, so both "Tasks" instances are being published in TFS under the exact same name... So, if I can't do this Automatically, I'll likely have edit each tasks with "Analysis - Item 1", "Analysis - item 2", "SRD - Item 1", "SRD - item 2"... is there a way to do this automatically, or will have to go the manual route??

He gave an intro to himself in an earlier post this morning but his post below is a great example of how customer engagement takes on a life of its own in our global online connected and social digital ecosystem. Is Facebook About to Become a Victim of its Own Success? What if I told you that your brand could advertise so successfully, you wouldn’t have to pay for the ads? A recent campaign by Ford Motor Company for the Ford Focus featuring Doug the spokespuppet (I am not making this up) did just that—and it raises some interesting issues for marketers and social media alike in the brave new world of customer engagement that is the Social Web. Allow me to elaborate. An article in the Wall Street Journal last week—“Big Brands Like Facebook, But They Don’t Like to Pay” tells the story of Ford’s recently concluded online campaign for the 2012 Ford Focus. (Ford, by the way, under the leadership of people such as Scott Monty, has been a pioneer of effective social campaigns.) The centerpiece of the campaign was the aforementioned Doug, who appeared as a character on Facebook in videos and via chat. (If you are not familiar with Doug, you can see him in action here, and read the WSJ story here.) You may be thinking puppet ads are a sign of Internet Bubble 2.0 and want to stop now, but bear with me. The Journal reported that Ford spent about $95M on its overall Ford Focus campaign, with TV accounting for over $60M of that spend. The Internet buy for the campaign was just over $10M, which included ad buys to drive traffic to Facebook for people to meet and ‘Like’ Doug and some amount on Facebook ads, too, to promote Doug and by extension, the Ford Focus. So far, a fairly straightforward consumer marketing story in the Internet Era. Yet here’s the curious thing: once Doug reached 10,000 fans on Facebook, Ford stopped paying for Facebook ads. Doug had gone viral with people sharing his videos with one another; once critical mass was reached there was no need to buy more ads on Facebook. Doug went on to be Liked by over 43,000 people, and 61% of his fans said they would be more likely to consider buying a Focus. According to the article, Ford says Focus sales are up this year—and increasing sales is every marketer’s goal. And so in effect, Ford found its Facebook campaign so successful that it could stop paying for it, instead letting its target consumers communicate its messages for fun—and for free. Not only did they get a 3X increase in fans beyond their paid campaign, they had thousands of customers sharing their messages in video form for months. Since free advertising is the Holy Grail of marketing both old and new-- and it appears social networks have an advantage in generating that buzz—it seems reasonable to ask: what would happen to brands’ advertising strategies—and the media they use to engage customers, if this success were repeated at scale? It seems logical to conclude that, at least initially, more ad dollars would be spent with social networks like Facebook as brands attempt to replicate Ford’s success. Certainly Facebook ad revenues are on the rise—eMarketer expects Facebook’s ad revenues to quintuple by 2012 compared with 2009 levels, to nearly 2.9B. That’s bad news for TV and the already battered print media and good news for Facebook. But perhaps not so over the longer run. With TV buys, you have to keep paying to generate impressions. If Doug the spokespuppet is any guide, however, that may not be true for social media campaigns. After an initial outlay, if a social campaign takes off, the audience will generate more impressions on its own. Thus a social medium like Facebook could be the victim of its own success when it comes to ad revenue. It may be there is an inherent limiting factor in the ad spend they can capture, as exemplified by Ford’s experience with Dough and the Focus. And brands may spend much less overall on advertising, with as good or better results, than they ever have in the past. How will these trends evolve? Can brands create social campaigns that repeat Ford’s formula for the Focus with effective results? Can social networks find ways to capture more spend and overcome their potential tendency to make further spend unnecessary? And will consumers become tired and insulated from social campaigns, much as they have to traditional advertising channels? These are the questions CMOs and Facebook execs alike will be asking themselves in the brave new world of customer engagement. As always, your thoughts and comments are most welcome.

  • Taking a Flying Leap

    Yesterday, I went skydiving with three of my children.  It was thrilling, scary, invigorating and exciting. While there is obvious risk involved, the reward and feeling of success was well worth it. You might already be wondering what skydiving would have to with WebCenter, so let me explain. Implementing a skydiving program and becoming an instructor does not happen overnight.  It does not happen with the purchase of the needed technology. Not one of us would go out, buy a parachute, the harnesses, helmet and all the gear and be able to convince anyone that we are now ready to be a skydiving instructor. The fact is that obtaining the technology is merely a small piece of the overall process and so is the case with managing content in your company. You don't just buy the right software (Oracle WebCenter Content) and go to your boss and declare information management success. There is planning, research and effort that goes into deploying software of any kind and especially when it is as mission-critical to the success of your business as Enterprise Content Management. To become a certified skydiving instructor takes at least 3 years of commitment and often longer. In the United States, candidates must complete over 500 solo jumps of their own over a minimum of 36 months and then must complete additional rigorous training under observation.  When you consider the amount of time and effort involved, it's not unlike getting a college degree and anyone that has trusted their lives to one of these instructors will no doubt appreciate their dedication to the curriculum.  Implementing an ECM system won't take that long, but it certainly requires commitment, analysis and consideration. But guess what?  Humans are involved and that means that mistakes can happen and that rules change.  This struck me while reading an excellent post on darkreading.com by Glenn S. Phillips entitled "Mission Impossible: 4 Reasons Compliance is Impossible".  His over-arching point was that with information management and security, environments change and people are involved meaning the work is never done.  He stated that you can never claim your compliance efforts are complete because of the following reasons. People are involved.  And lets face it, some are more trustworthy than others. Change is Constant. There is always some new technology coming along that is disruptive. Consumer grade cloud file sharing and sync tools come to mind here. Compliance is interpreted, not defined.  Laws and the judges that read them are always on the move. Technology is a tool, not a complete solution. There is no magic pill. The skydiving analogy holds true here as well.  Ultimately, a single person packs your parachute.  For obvious reasons, you prefer that this person be trustworthy but there are no absolute guarantees of a 100% error-free scenario.  Weather and wind conditions are never a constant and the best-laid plans for a great day of skydiving are easily disrupted by forces outside of your control.  Rules and regulations vary by location and may be updated at any time and as I mentioned early on, even the best technology on its own will only get you started. The good news is that, like skydiving, with the right technology, the right planning, the right team and a proper understanding of the rules and regulations that govern your industry, your ECM deployment can be a great success.  Failure to plan for any of the 4 factors that Glenn outlined in his article will certainly put your deployment and maybe even your company at risk, so consider them carefully. As a final aside, for those of you who consider skydiving an incredibly dangerous and risky pastime, consider this comparative statistic.  In 2012, the U.S. Parachute Association recorded 19 fatal skydiving accidents in the U.S. out of roughly 3.1 million jumps.  That’s 0.006 fatalities per 1,000 jumps. By comparison, the U.S. National Highway Traffic Safety Administration reports that there were 34,080 deaths due to car accidents in 2012.  Based on the percentages, one could argue that it is safer to jump out of a plane than to drive to the airport where the skydiving will take place.   • Content in Context: The right medicine for your business applications

    For many of you, your companies have already invested in a number of applications that are critical to the way your business is run. HR, Payroll, Legal, Accounts Payable, and while they might need an upgrade in some cases, they are all there and handling the lifeblood of your business. But are they really running as efficiently as they could be? For many companies, the answer is no. The problem has to do with the important information caught up within documents and paper. It’s everywhere except where it truly needs to be – readily available right within the context of the application itself. When the right information cannot be easily found, business processes suffer significantly. The importance of this recently struck me when I recently went to meet my new doctor and get a routine physical. Walking into the office lobby, I couldn't help but notice rows and rows of manila folders in racks from floor to ceiling, filled with documents and sensitive, personal information about various patients like myself.  As I looked at all that paper and all that history, two things immediately popped into my head.  “How do they find anything?” and then the even more alarming, “So much for information security!” It sure looked to me like all those documents could be accessed by anyone with a key to the building. Now the truth is that the offices of many general practitioners look like this all over the United States and the world.  But it had me thinking, is the same thing going on in just about any company around the world, involving a wide variety of important business processes? Probably so. Think about all the various processes going on in your company right now. Invoice payments are being processed through Accounts Payable, contracts are being reviewed by Procurement, and Human Resources is reviewing job candidate submissions and doing background checks. All of these processes and many more like them rely on access to forms and documents, whether they are paper or digital. Now consider that it is estimated that employee’s spend nearly 9 hours a week searching for information and not finding it. That is a lot of very well paid employees, spending more than one day per week not doing their regular job while they search for or re-create what already exists. Back in the doctor’s office, I saw this trend exemplified as well. First, I had to fill out a new patient form, even though my previous doctor had transferred my records over months previously. After filling out the form, I was later introduced to my new doctor who then interviewed me and asked me the exact same questions that I had answered on the form. I understand that there is value in the interview process and it was great to meet my new doctor, but this simple process could have been so much more efficient if the information already on file could have been brought directly together with the new patient information I had provided. Instead of having a highly paid medical professional re-enter the same information into the records database, the form I filled out could have been immediately scanned into the system, associated with my previous information, discrepancies identified, and the entire process streamlined significantly. We won’t solve the health records management issues that exist in the United States in this blog post, but this example illustrates how the automation of information capture and classification can eliminate a lot of repetitive and costly human entry and re-creation, even in a simple process like new patient on-boarding. In a similar fashion, by taking a fresh look at the various processes in place today in your organization, you can likely spot points along the way where automating the capture and access to the right information could be significantly improved. As you evaluate how content-process flows through your organization, take a look at how departments and regions share information between the applications they are using. Business applications are often implemented on an individual department basis to solve specific problems but a holistic approach to overall information management is not taken at the same time. The end result over the years is disparate applications with separate information repositories and in many cases these contain duplicate information, or worse, slightly different versions of the same information.   • iPhone Developer Portal won't accept my CSR

    I am using the Development Provisioning Assistant in the iPhone Developer Portal, but when I get to the part where it asks me to generate and upload my CSR, I try to upload it and it just gives me this error: The CSR selected is invalid. Please check the file and try again. Does anyone know what this means or what I can do about it?? Thanks!

    Hi This is a java noob related question. Have been looking at Liferay portal technology, however I'm a dotnet (c# or vb) developer by day. Does anyone know if you can use the install of liferay to host dotnet code, not just by using the iFrame method of redirecting to a different site - that just sucks in my opinion Alternatively is the saner option to go down the port my skills back to java?
