• Oracle at ASMC PDI 2012

  Recently, I had the pleasure of representing Oracle at the American Society of Military Comptrollers National Professional Development Institute (PDI).  The PDI is the premier training event for resource managers in the Department of Defense and US Coast Guard.  Each year they assemble top presenters and key note speakers to convey their experiences and share the upcoming goals and vision for the Defense Department's financial and resource management community.  This year, the common themes were centered around 'auditability' and 'efficiency'.   What is auditability?  There were many definitions/themes tossed around, but to summarize my notes, it boiled down to:- the proper tracking of funds- audit readiness- proper controls- proper documentation There were sessions regarding entire programs focused on the need for auditability.  For example, FIAR: Financial Improvement and Audit Readiness (http://comptroller.defense.gov/fiar/index.html)   The FIAR stresses the "...improve(ment of) the Department's financial processes, controls and information." The entire conference, one set of solutions kept popping into my head around, "how can Oracle's solutions assist the Department of Defense", or any other Federal Agency, improve their financial processes and controls?   One answer came to mind:  Oracle Governance, Risk, and Compliance Management. Commonly referred to as "GRC". Let me summarize the main components around Oracle's GRC solution: GRC Manager: This solution is the central repository for documenting business processes, policies, and established controls.  All identified risks and issues are documented within the repository as well as action plans necessary for mitigation. GRC Controls:  This solution consists of a set of tools which are embedded with your ERP (financial, human resource, supply chain, etc.) applications to detect, prevent, and/or enforce the policies and procedures established by your Agency.  Components of the solution include:- Application Access Control Governor: a robust tool for managing application roles and responsibilities; simplify segregation of duty maintenance- Configuration Controls Governor: complete audit trail for changes made to configurations- Transactions Control Governor: track violations of internal controls; alert management to suspicious activities; be warned when high dollar transactions are occurring on an irregular basis; - Preventative Controls Governor: prevent sensitive information from being viewed by unauthorized parties; enforce field, block, and form change control If you are in the financial or resource management community and are concerned about auditability within your organization I suggest you follow up this post by reading about Oracle's GRC solutions.  www.oracle.com/grc Please feel free to follow up with thought and questions in the comments section below.  Also, if you have a topic you would like addressed in this blog, just drop me a note at [email protected]  or leave the suggestion in the comment section as well. • IRM Item Codes &ndash; what are they for?

  A number of colleagues have been asking about IRM item codes recently – what are they for, when are they useful, how can you control them to meet some customer requirements? This is quite a big topic, but this article provides a few answers. An item code is part of the metadata of every sealed document – unless you define a custom metadata model. The item code is defined when a file is sealed, and usually defaults to a timestamp/filename combination. This time/name combo tends to make item codes unique for each new document, but actually item codes are not necessarily unique, as will become clear shortly. In most scenarios, item codes are not relevant to the evaluation of a user’s rights - the context name is the critical piece of metadata, as a user typically has a role that grants access to an entire classification of information regardless of item code. This is key to the simplicity and manageability of the Oracle IRM solution. Item codes are occasionally exposed to users in the UI, but most users probably never notice and never care. Nevertheless, here is one example of where you can see an item code – when you hover the mouse pointer over a sealed file. As you see, the item code for this freshly created file combines a timestamp with the file name. But what are item codes for? The first benefit of item codes is that they enable you to manage exceptions to the policy defined for a context. Thus, I might have access to all oracle – internal files - except for 2011_03_11 13:33:29 Board Minutes.sdocx. This simple mechanism enables Oracle IRM to provide file-by-file control where appropriate, whilst offering the scalability and manageability of classification-based control for the majority of users and content. You really don’t want to be managing each file individually, but never say never. Item codes can also be used for the opposite effect – to include a file in a user’s rights when their role would ordinarily deny access. So, you can assign a role that allows access only to specified item codes. For example, my role might say that I have access to precisely one file – the one shown above. So how are item codes set? In the vast majority of scenarios, item codes are set automatically as part of the sealing process. The sealing API uses the timestamp and filename as shown, and the user need not even realise that this has happened. This automatically creates item codes that are for all practical purposes unique - and that are also intelligible to users who might want to refer to them when viewing or assigning rights in the management UI. It is also possible for suitably authorised users and applications to set the item code manually or programmatically if required. Setting the item code manually using the IRM Desktop The manual process is a simple extension of the sealing task. An authorised user can select the Advanced… sealing option, and will see a dialog that offers the option to specify the item code. To see this option, the user’s role needs the Set Item Code right – you don’t want most users to give any thought at all to item codes, so by default the option is hidden. Setting the item code programmatically A more common scenario is that an application controls the item code programmatically. For example, a document management system that seals documents as part of a workflow might set the item code to match the document’s unique identifier in its repository. This offers the option to tie IRM rights evaluation directly to the security model defined in the document management system. Again, the sealing application needs to be authorised to Set Item Code. The Payslip Scenario To give a concrete example of how item codes might be used in a real world scenario, consider a Human Resources workflow such as a payslips. The goal might be to allow the HR team to have access to all payslips, but each employee to have access only to their own payslips. To enable this, you might have an IRM classification called Payslips. The HR team have a role in the normal way that allows access to all payslips. However, each employee would have an Item Reader role that only allows them to access files that have a particular item code – and that item code might match the employee’s payroll number. So, employee number 123123123 would have access to items with that code. This shows why item codes are not necessarily unique – you can deliberately set the same code on many files for ease of administration. The employees might have the right to unseal or print their payslip, so the solution acts as a secure delivery mechanism that allows payslips to be distributed via corporate email without any fear that they might be accessed by IT administrators, or forwarded accidentally to anyone other than the intended recipient. All that remains is to ensure that as each user’s payslip is sealed, it is assigned the correct item code – something that is easily managed by a simple IRM sealing application. Each month, an employee’s payslip is sealed with the same item code, so you do not need to keep amending the list of items that the user has access to – they have access to all documents that carry their employee code.

• Business Strategy - Google Case Study

  Business strategy defined by SMBTN.com is a term used in business planning that implies a careful selection and application of resources to obtain a competitive advantage in anticipation of future events or trends. In more general terms business strategy is positioning a company so that it has the greatest competitive advantage over others in the markets and industries that they participate in. This process involves making corporate decisions regarding which markets to provide goods and services, pricing, acceptable quality levels, and how to interact with others in the marketplace. The primary objective of business strategy is to create and increase value for all of its shareholders and stakeholders through the creation of customer value. According to InformationWeek.com, Google has a distinctive technology advantage over its competitors like Microsoft, eBay, Amazon, Yahoo. Google utilizes custom high-performance systems which are cost efficient because they can scale to extreme workloads. This hardware allows for a huge cost advantage over its competitors. In addition, InformationWeek.com interviewed Stephen Arnold who stated that Google’s programmers are 50%-100% more productive compared to programmers working for their competitors.  He based this theory on Google’s competitors having to spend up to four times as much just to keep up. In addition to Google’s technological advantage, they also have developed a decentralized management schema where employees report directly to multiple managers and team project leaders. This allows for the responsibility of the technology department to be shared amongst multiple senior level engineers and removes the need for a singular department head to oversee the activities of the department.  This is a unique approach from the standard management style. Typically a department head like a CIO or CTO would oversee the department’s global initiatives and business functionality.  This would then be passed down and administered through middle management and implemented by programmers, business analyst, network administrators and Database administrators. It goes without saying that an IT professional’s responsibilities would be directed by Google’s technological advantage and management strategy.  Simply because they work within the department, and would have to design, develop, and support the high-performance systems and would have to report multiple managers and project leaders on a regular basis. Since Google was established and driven by new and immerging technology, all other departments would be directly impacted by the technology department.  In fact, they would have to cater to the technology department since it is a huge driving for in the success of Google. • So, what&rsquo;s your blog URL?

  Asked by many of my colleagues often enough, I decided to take the plunge and begin blogging. After many attempts to start and long discussions about what I should write about, I decided to give my “buddies” a series of lessons and tidbits to help them understand what it takes to manage a software development project in the real world. Stories of success and failure to keep hope alive. I am formally trained as a developer (BS/CS) and have scattered my code throughout the matrix since 1985 (officially working for the man). As I moved from job-to-job over my career, I have had good managers, bad ones, and ones who were – well, just sitting in the corner office. It wasn't until I began the transition and commitment to the role of project management that I began to take real software development management seriously. A boss once told me “put down the code. Start managing the people and process.” That was a scary time in my career. I loved solving really cool problems with a blank sheet of paper. It was an adrenaline rush to get an opportunity to start from scratch and write an application solution people would actually use and help them in their work/business. I felt that moving into “management” would remove me from the thrill and ownership I felt as a developer. It was a hard step to take, and one which I believe is hard for any developer. Well, I am here to help you through this transition. For those of you wanting to read my stories or learn about the tools and techniques I use on a daily basis, you too might just learn something you would have never thought of as an architect/developer. I am currently a Sr. Consultant at Magenic with the Boston branch office and primarily work with clients in the New England area. I am typically engaged as the lead project manager on our engagements, but also perform Application Lifecycle Management (ALM) assessments for development organizations as well as augment the Technical Evangelists for Microsoft and perform many Team Foundation Server (TFS) demos, installs and “get started” engagements. • Process Rules!

  One of the key components of a process is “Business Rule”. Business rule takes many forms inside your process definition and in a way is a manifestation of your company’s business policy. Business rules inside the process are used for policy enforcement, governance, decision management, operations efficiency etc. Following are some basic types of rules that can be a part of your process. 1. Process conditions:  These are defined as the process gateways that determine a path process will take depending on the process parameters. For Example, if discount >10% go to approval path : if discount < 10% auto-approve order. 2. Data rules: These business rules are defined as facts in decision table or knowledge base. The process captures all required parameters and submits those to RETE based rules engine. Rules engine processes the data and returns the result back. For example, rules determining your insurance eligibility. 3. Event rules: Here the system is monitoring the various events and events patterns that are emerging inside the process or external to the process. You can define actions or alerts to be triggered when a certain pattern of events emerges over a specified time period. Such types of rules need Complex Event Processing and are used in applications like Credit Card Fraud detection or Utility Demand Response. 4. User Interface Rules: In order to add dynamic behavior to UI or to keep users from making mistakes and enforcing policy, another mechanism available is UI rules. They are evaluated as the end user is filling out the web forms. These may include enabling and disabling of UI as per business policy. An example could be, if the age of a user is less than 13 years, disable credit card field and enable parental approval required checkbox. Your process may include many of such rule types. • Launching Agile PLM 9.3.3!

  Ten months ago we announced the availability of Agile PLM 9.3.2. Today I have the great pleasure to announce availability of Agile PLM 9.3.3 and AutoVue for Agile PLM 20.2.2 - both are immediately available on Oracle Software Delivery Cloud. In this same timeframe our team has also published Oracle PLM Mobile 1.0, EC MCAD 3.1, and EC MCAD 3.2. Agile PLM 9.3.3 focuses on improving management business processes, improving management of intellectual property, and overall product improvements based on customer feedback. In this short timeframe, we have made very significant progress on all three fronts. The Agile PLM 9.3.3 What’s New Whitepaper discusses all of the new capabilities. Looking forward, we will continue to deliver new releases with laser focus on solving real business problems and making users more productive. With our release of Innovation Management, you will be seeing dramatic new capability to help manage the innovation funnel and the processes to determine what product projects to fund. You will also see us continue this accelerated cadence in releasing new features for Agile PLM. All Agile PLM 9.3.3 Documentation is now available, including an initial version of the Capacity Planning Guide (CPG). As usual, we will be updating the CPG in a few months when we complete our performance and breakpoint testing. Like with other recent Agile PLM versions, the Product Management team has recorded Transfer of Information (TOI) sessions to educate you about the new features. The TOI sessions can be accessed in My Oracle Support on note 1589164.1. As with all other releases, we have also published new versions (1.7.5) of Averify (Patch ID 17583605) and AUT (Patch ID 17583592) in My Oracle Support. Again this year I look forward to seeing many of you at the Oracle Value Chain Summit (February 3-5, San Jose, CA), to talk more about this new release and all of the fascinating ways our customers and partners are driving business value with Agile PLM. • Database Security: The First Step in Pre-Emptive Data Leak Prevention

  With WikiLeaks raising awareness around information leaks and the harm they can cause, many organization are taking stock of their own information leak protection (ILP) strategies in 2011. A report by IDC on data leak prevention stated: Increasing database security is one of the most efficient and cost-effective measures an organization can take to prevent data leaks. By utilizing the data protection, access control, account management, encryption, log management, and other security controls inherent in the database management system, entities can institute first-level control over the widest range of protected information. As a central repository for unstructured data, which is growing at leaps and bounds, the database should be the first layer providing information leakage protection. Unfortunately, most organizations are not taking sufficient steps to protect their databases according to a survey of the Independent Oracle User Group. For example, any operating system administrator or database administrator can access the all the data stored in the database in most organizations. Without any kind of auditing or monitoring. And it's not just administrators, database users can typically access the database with ad-hoc query tools from their desktop and by-pass any application level controls. Despite numerous regulations calling for controls to limit the powers of insiders, most organizations still put too many privileges in the hands of their employees. Time and time again these excess privileges have backfired. Internal agents were implicated in almost half of data breaches according to the Verizon Data Breach Investigations Report and the rate is rising. Hackers also took advantage of these excess privileges very successfully using stolen credentials and SQL injection attacks. But back to the insiders. Who are these insiders and why do they do it? In 2002, the U.S. Secret Service (USSS) behavioral psychologists and CERT information security experts formed the Insider Threat Study team to examine insider threat cases that occurred in US critical infrastructure sectors, and examined them from both a technical and a behavioral perspective. A series of fascinating reports has been published as a result of this work. You can learn more by watching the ISSA Insider Threat Web Conference. So as your organization starts to look at data leak prevention over the coming year, start off by protecting your data at the source - your databases. IDC went on to say: Any enterprise looking to improve its competitiveness, regulatory compliance, and overall data security should consider Oracle's offerings, not only because of their database management capabilities but also because they provide tools that are the first layer of information leak prevention.
