  • The Minimalist Approach to Content Governance - Create Phase

     Originally posted by John Brunswick. In this installment of our Minimalist Approach to Content Governance we finally get to the fun part of the content creation process! Once the content requester has addressed the items outlined in the Request Phase it is time to setup and begin the production of content.   For this to be done correctly it is important the the content be assigned appropriate workflow and security information. As in our prior phase, let's take a look at what can be done to streamline this process - as contributors are focused on getting information to their end users as quickly as possible. This often means that details around how to ensure that the materials are properly managed can be overlooked, but fortunately there are some techniques that leverage our content management system's native capabilities to automatically take care of some of the details. 1. Determine Access Why - Even if content is not something that needs to restricted due to security reasons, it is helpful to apply access rights so that the content ends up being visible only to users that it relates to. This will greatly improve user experience. For instance, if your team is working on a group project many of your fellow company employees do not need to see the content that is being worked on for that project. How - Make use of native content features that allow propagation of security and meta data from parent folders within your content system that have been setup for your particular effort. This makes it painless to enforce security, as well as meta data policies for even the most unorganized users. The default settings at a parent level can be set once the content creation request has been accepted and a location in the content management system is assigned for your specific project. Impact - Users can find information will less effort, as they will only be exposed to what they need for their work and can leverage advanced search features to take advantage of meta data assigned to content. The combination of default security and meta data will also help in running reports against the content in the Manage and Retire stages that we will discuss in the next 2 posts. 2. Assign Workflow (optional depending on nature of content) Why - Every case for workflow is going to be a bit different, but it generally involves ensuring that content conforms to management, legal and or editorial requirements. How - Oracle's Universal Content Management offers two ways of helping to workflow content without much effort. Workflow can be applied to content based on Criteria acting on meta data or explicitly assigned to content with a Basic workflow. Impact - Any content that needs additional attention before release is addressed, allowing users to comment and version until a suitable result is reached. By using inheritance from parent folders within the content management system content can automatically be given the right security, meta data and workflow information for a particular project's content. This relieves the burden of doing this for every piece of content from management teams and content contributors. We will cover more about the management phase within the content lifecycle in our next installment.

  • Do MORE with WebCenter - Webcast Overview & TIES Tour

    Today's post is from Michelle Huff, Senior Director, Product Management, Oracle WebCenter `````````````````  In case you missed it, I presented on a webcast yesterday focused on how you can “Do More with Oracle WebCenter – Expand Beyond Content Management.” As you may remember, we rebranded Oracle’s Enterprise Content Management (ECM) Suite, which some people knew by the wonderfully techie three-letter acronyms -- UCM, URM & IPM -- to Oracle WebCenter Content last year. Since it’s a unified ECM platform, I’ve seen many customers over the years continue to expand the number of content-centric solutions and application integrations powered by WebCenter throughout their organizations. But, did you know WebCenter also provides portal, collaboration and web experience management capabilities as well? This enables you to leverage your existing investment in the WebCenter platform as well as the information you’re managing to create engaging sites, collaborative spaces, or self-service portals and composite applications. In the webcast I walked through six different ways that you can do more with WebCenter: Collaborative content contribution and sharing environment Share content across intranets and extranets Combine content in composite applications Create targeted online experiences Manage interactive social experiences Optimize multi-channel customer experiences Joining me on the call was Greg Utecht with TIES. TIES is a joint powers cooperative owned by 46 Minnesota school districts, represents 514 schools – and provides software applications, hardware and software, internet service and professional development designed by educators for education. I was having a lot of fun over the past few days talking with Greg about the TIES implementation and future plans with WebCenter. He joined me on the call for a little Q&A to explain how he’s using WebCenter today for their iContent implementation for document management, records management and archiving. And also covered how they have expanded their implementation to create a collaborative space called their HRPay System with WebCenter to facilitate collaboration and to better engage their users within the school districts. During our conversation a few questions came from the audience about their implementation. They were curious to see how the system looked – so let’s take a peak. This first screenshot shows the screen that a human resources or payroll worker in one of our member districts would see upon logging in, based on their credentials and role in their district. This shows the result of clicking on the SUBSCRIBE link on the main page. It allows the user to subscribe to parts of the portal which will e-mail him/her when those are updated in any way. This shows the screen that a human resources or payroll worker in one of our member districts would see upon clicking on the Resources link. This shows the screen that a human resources or payroll worker in one of our member districts would see upon clicking on the Finance Advisory link. It shows the discussion threads and document sharing areas. This shows the screen that appears when the forum topic on the preceding screen is clicked. This shows the screen portlet up close with shared documents. This shows the screen that appears when a shared document is clicked on.     Read Intro for this post and understand the problem here Solution  : To integrate Jdeveloper with WebCenter Content PS5 and browse through the folders , we need to enable "folders_g" features instead of "Framework Folders" . Detailed steps below . Login to Webcenter content using admin credentials https://<hostname>:<port number>/cs Go to "Administration" menu and click on "Admin Server"  In the newly opened browser , click on 'Component Manager' in the left navigation menu . On the right hand side , you should see "Advanced Component Manager" , click on it . You will now see a list of enabled and disabled features . Disable "Framework Folders" and enable "folders_g" folders . Restart the server . There you go ! . You should have a successful connection and you should be able to traverse through the contribution folders from Jdeveloper. I am posting a few pics to help you navigate the steps .

    This week we had the fifth webcast in our WebCenter in Action webcast series, "Los Angeles Department of Building & Safety Lowers Customer Service Costs with Oracle WebCenter", where customers Giovani Dacumos and Minh Ong from the Los Angeles Department of Building & Safety (LADBS), and Sheetal Paranjpye and Rajiv Desai from Oracle Partner 3Di, shared how Oracle WebCenter is powering LADBS' externally facing website and providing a superior self-service experience for their customers. We asked the speakers to provide some dialogue for Q&A.   Giovani Dacumos, Director of Systems and Minh Ong, LADBS Q: Did you run into any issues when integrating all of the different applications together?A: Yes. We did have issues integrating a secure sign on between the portal and other legacy applications. We used portlets and iframes to overcome those.  This is a new technology for us and we are also learning as we go so there were a lot of challenges in developing and implementing our vision. Q: What has been the biggest benefit your end users have seen?A: The biggest benefit for our ends users is ease-of-use. We've given them a system that provided a new and improved source of information, as well as a very organized flow of transaction processing. It has made our online service very user friendly. Q: Was there any resistance internally when implementing the solution? If so, how did you overcome that?A: There was no internal resistance during the implementation, only challenges. As mentioned earlier, this is a new technology for us. We've come across issues that needed assistance from Oracle. Working with 3Di and Oracle has helped us tremendously to find solutions to our implementation issues. Q: Given the performance, what do you estimate to be the top end capacity of the system? A: With the current performance and architecture we have, we are able to support approx 300-400 concurrent users.  We would need more hardware to support additional user load. Q: What's the overview or summary of feedback from the users interacting with the site?A: LADBS has a wide spectrum of customers, from simple users like homeowners to large construction firms. Anything new that we offer could be a little bit challenging for some, but overall, the customers liked it. They saw a huge improvement on the usability. Q: Can you describe the impressions about the site before and after the project within LADBS?A: The old site was using old technology and it was hard for us to keep on building into it as we got more business requirements. It made our application seem a bit complicated.  It was confusing for our new customers to use and we've improved on this with the new site. It's now easier for them to complete their transactions and, at the same time, allowed us to provide more useful information. Sheetal Paranjpye and Rajiv Desai, 3Di Q: Did you run into any obstacles when implementing the solution?A: Yes we did run into some obstacles. One of the key show stoppers was the issue with portlet to portal communication. The GIS viewer (portlet) needed information to be passed  to and from Permit LA (Portal), but we were able to get everything configured and up and working quickly! Q: Was there a lot of custom work that needed to be done for this particular solution?A: We have done some customizations where workflows/ Task flows are involved.  Q: What do you think were the keys to success for rolling out WebCenter?A: Having a service oriented architecture and using portlets have been the key areas for rolling out Oracle WebCenter at LADBS. The Oracle WebCenter Content integration allows the flexibility to business users to maintain the content, which has really cut down on the reliance of IT, and employee productivity has increased as a result.     Last Thursday we had the third webcast in our WebCenter in Action webcast series, "Hitachi Data Systems Improves Global Web Experiences with Oracle WebCenter", where customer Sean Mattson from HDS and Rob Vandenberg from Oracle Partner Lingotek shared how Oracle WebCenter is powering Hitachi Data System’s externally facing website and providing a seamless experience for their customers. In case you missed it, here's a recap of the Q&A.   Sean Mattson, Hitachi Data Systems  Q: Did you run into any issues in the deployment of the platform?A: There were some challenges, we were one of the first enterprise ‘on premise’ installations for Lingotek and our WebCenter platform also has a lot of custom features.  There were a lot of iterations and back and forth working with Lingotek at first.  We both helped each other, learned a lot and in the end managed to resolve all issues and roll out a very compelling solution for HDS. Q: What has been the biggest benefit your end users have seen?A: Being able to manage and govern the content lifecycle globally and centrally and at the same time enabling the field to update, review and publish the incremental content changes without a lot of touchpoints has helped us streamline and simplify the entire publishing process. Q: Was there any resistance internally when implementing the solution? If so, how did you overcome that?A: I wouldn't say resistance as much as skepticism that we could actually deploy an automated and self publishing solution.  Even if a solution is great, adoption of a new process can be a challenge and we are still pursuing our adoption targets.  One of the most important aspects is to include lots of training and support materials and offer as much helpdesk type support as needed to get the field self sufficient and confident in the capabilities of the system.  Rob Vandenberg, Lingotek  Q: Are there any limitations regarding supported languages such as support for French Canadian and Indian languages?A: Lingotek supports all language pairs. Including right to left languages and double byte languages such as Chinese, Japanese and Korean Q: Is the Lingotek solution integrated with the new 11g release of WebCenter Sites? A: Yes! In fact, Lingotek is the first OVI partner for Oracle WebCenter Sites  Q: Can translation memories help to improve the accuracy of machine translation?A: One of the greatest long term strategic benefits of using Lingotek is the accumulation of translation memories, or past human translations. These TMs can be used to "train" statistical machine translation engines to have higher and higher quality. This virtuous cycle is ongoing and will consistently improve both machine and human translations.  Q: We have existing translation memories from previous work with our translation service provider. Can they be easily imported in to the Lingotek solution for re-use? Q: Yes, Lingotek is standards compliant. We support TM import in both the TMX and XLIFF formats. Q: If we use Lingotek as a service to do our professional translation and also use the Lingotek software solution, do we get the translation memories to give us a means of just translating future adds and changes ourselves? A: Yes, all the data is yours, always. Lingotek can provide both the integrated translation software as well as the professional translation services. All the content and translation memories are yours. Q: Can you give us an example of where community translation has proved to be successful?A: The key word here is community. If you have a community that cares about you, your content, and the rest of the community, then community translation can work for you. Organizations are striving to provide mediums for sharing knowledge and improving awareness across their enterprise. Indirectly, the socialization of your enterprise should lead to cost savings and improved product/service quality. However, many times the direct effects of connecting an organization’s leadership with its employees are overlooked. Oracle WebCenter Portal can help you bridge that gap by gathering implicit and explicit feedback. Implicit Feedback Through Usage Analytics Analytics allows administrators to track and analyze WebCenter Portal traffic and usage. Analytics provides the following basic functionality: Usage Tracking Metrics: Analytics collects and reports metrics of common WebCenter Portal functions, including community and portlet traffic. Behavior Tracking: Analytics can be used to analyze WebCenter Portal metrics to determine usage patterns, such as page visit duration and usage over time. User Profile Correlation: Analytics can be used to correlate metric information with user profile information. Usage tracking reports can be viewed and filtered by user profile data such as country, company or title.   • HTML Manifest for Content Folios

    I recently worked on a project to create a custom content folio renderer in WebCenter Content. It needed to output the native files in the folio along with a manifest file in HTML format which would list the contents of the folio along with any designated metadata and a relative link to the file within the download.  This way a person could hand someone the folio download and it would be a self-contained package with all of the content and a single file to display the information on the contents.  The default Zip rendition of the folio will output the web-viewable version of the file with an HDA formatted file for each one.     The value of UPK during an upgrade is a hot topic and was a primary focus during our latest customer roundtable featuring The City and County of San Francisco: Leveraging UPK to Accelerate Your PeopleSoft Upgrade. As the Change Management Analyst for their PeopleSoft 9.0 HCM project (Project eMerge), Jan Crosbie-Taylor provided a unique perspective on how they're utilizing UPK and UPK pre-built content early on to successfully manage change for thousands of city and county employees and retirees as they move to this new release. With the first phase of the project going live next September, it's important to the City and County of San Francisco to 1) ensure that the various constituents are brought along with the project team, and 2) focus on the end user aspects of the implementation, including training. Here are some highlights on how UPK and UPK pre-built content are helping them accomplish this: As a former documentation manager, Jan really appreciates the power of UPK as a single source content creation tool. It saves them time by streamlining the documentation creation process, enabling them to record content once, then repurpose it multiple times. With regard to change management, UPK has enabled them to educate the project team and gain critical buy in and support by familiarizing users with the application early on through User Experience Workshops and by promoting UPK at meetings whenever possible. UPK has helped create awareness for the project, making the project real to users. They are taking advantage of UPK pre-built content to: Educate the project team and subject matter experts on how PeopleSoft 9.0 works as delivered Create a guide/storyboard for their own recording Save time/effort and create consistency by enhancing their recorded content with text and conceptual information from the pre-built content Create PeopleSoft Help for their development databases by publishing and integrating the UPK pre-built content into the application help menu Look ahead to the next release of PeopleTools, comparing the differences to help the team evaluate which version to use with their implemtentation When it comes time for training, they will be utilizing UPK in the classroom, eliminating the time and cost of maintaining training databases. Instructors will be able to carry all training content on a thumb drive, allowing them to easily provide consistent training at their many locations, regardless of the environment. Post go-live, they will deploy the same UPK content to provide just-in-time, in-application support for the entire system via the PeopleSoft Help menu and their PeopleSoft Enterprise Portal. Users will already be comfortable with UPK as a source of help, having been exposed to it during classroom training. They are also using UPK for a non-Oracle application called JobAps, an online job application solution used by many government organizations.     Overvew As we known, there are two way to install Content Management for WebCenter. One way is install it by WebCenter installer wizard, another way is to install it use their own installer. This guide is for the later one. For SSO purpose, I also mentioned how to config OID identity store for Content Management for WebCenter.
