  • Sending Outlook Invites

    Sending an Outlook invite for a meeting (also referred to as S+ in Microsoft) is a simple thing to get right if you just run the quick mental check below, which is driven by visual cues in the Outlook UI. I know that some folks don’t do this often or are new to Outlook, so if you know one of those folks share this blog post with them and if they read nothing else ask them to read step 7. Add on the To line the folks that you want to be at the meeting. Indicate optional invitees. Click on the “To” button to bring up the dialog that lets you move folks to be Optional (you can also do this from the Scheduling Assistant). Set the Reminder according to the attendee that has to travel the most. 5 minutes is the minimum. Use the Response Options and uncheck the "Request Response" if your event is going ahead regardless of who can make it or not, i.e. if everyone is optional. Don’t force every recipient to make an extra click, instead make the extra click yourself - you are the organizer. Add a good subject Make the subject such that just by reading it folks know what the meeting is about. Examples, e.g. "Review…", "Finalize…", "XYZ sync up" If this is only between two people and what is commonly referred to as a one to one, the subject would be something like "MyName/YourName 1:1" Write the subject in such a way that when the recipient sees this on their calendar among all the other items, they know what this meeting is about without having to see location, recipients, or any other information about the invite. Add a location, typically a meeting room. If recipients are from different buildings, schedule it where the folks that are doing the other folks a favor live. Otherwise schedule it wherever the least amount of people will have to travel. If you send me an invite to come to your building, and there is more of us than you, you are silently sending me the message that you are doing me a favor so if you don’t want to do that, include a note of why this is in your building, e.g. "Sorry we are slammed with back to back meetings today so hope you can come over to our building". If this is in someone's office, the location would be something like "Moth's office (7/666)" where in parenthesis you see the office location. If some folks are remote in another building/country, or if you know you picked a time which wasn't free for everyone, add an Online option (click the Lync Meeting button). Add a date and time. This MUST be at a time that is showing on the recipients’ calendar as FREE or at worst TENTATIVE. You can check that on the Scheduling Assistant. The reality is that this is not always possible, so in that case you MUST say something about it in the Invite Body, e.g. "Sorry I can see X has a conflict, but I cannot find a better slot", or "With so many of us there are some conflicts and I cannot find a better slot so hope this works", or "Apologies but due to Y we must have this meeting at this time and I know there are some conflicts, hope you can make it anyway". When you do that, I better not be able to find a better slot myself for all of us, and of course when you do that you have implicitly designated the Busy folks as optional. Finally, the body of the invite. This has the agenda of the meeting and if applicable the courtesy apologies due to messing up steps 6 & 7. This should not be the introduction to the meeting, in other words the recipients should not be surprised when they see the invite and go to the body to read it. Notifying them of the meeting takes place via separate email where you explain the purpose and give them a heads up that you'll be sending an invite. That separate email is also your chance to attach documents, don’t do that as part of the invite. TIP: If you have sent mail about the meeting, you can then go to your sent folder to select the message and click the "Meeting" button (Ctrl+Alt+R). This will populate the body with the necessary background, auto select the mandatory and optional attendees as per the TO/CC line, and have a subject that may be good enough already (or you can tweak it). Long to write, but very quick to remember and enforce since most of it is common sense and the checklist is driven of the visual cues in the UI you use to send the invite.     I already bought a domain name .com on godaddy for my company. I would like to reserve the same name with country specific domain extention, but not sure where to buy them and how to do it. Here are the ones that I would like to buy: Europe: fr, co.uk, de, ch, es, it, nl, se, no, ru australia: com.au asia: sg Godaddy has all except 1 in europe, australia and singapore. Should I find a website that sell all of them or should I buy some of them in godaddy and others elsewhere? Any suggestions where to buy them?   • How to sync two computers using new MobileMe calendar

    I have been using MobileMe for over a year with success. I use it to sync my Outlook calendars in my work and home computers, using Windows 7 and Outlook 2007. The main Outlook calendar folder in my work computer is replicated to MobileMe as "Work", and synced to my home computer, and the main calendar folder in my home computer is replicated to MobileMe as "Home", and synced to my work computer. This means that I can see both "Work" and "Home" calendars from both computers (as well as from the web interface through me.com), which is very convenient. Yesterday I migrated to the new MobileMe calendar, accepting the suggestion that popped up on the me.com website. After the migration, the MobileMe control panel on each of Windows computers asked me to re-configure my calendar setup, and everything fell apart. The "Home" and "Work" calendar folders in Outlook are now ignored by MobileMe, and new ones named "Home in MobileMe" and "Work in MobileMe" have been created, and placed in a separate Outlook data file rather than the default. This means that now: I now have four folders, two of which are not replicated to MobileMe The two folders that are not replicated reside on a separate data file, so alarms and reminders don't work; they're basically useless to me as calendar folders In addition, the button in the MobileMe Control Panel that used to let me specify what MobileMe folder should be synced against the default Outlook folder has gone. MobileMe is now too smart. Do you have any idea how to undo this mess and go back to a situation where I have two folders, as described in the top paragraph, which keep synced? I don't want an extra data file. Thanks.

  • Mass-migrating from POP3 to Exchange 2010, how do I copy mailboxes?

    I'm in the process of planning our migration from an internal hosted POP3-server (dovecot) to Exchange 2010. We're using Outlook 2003 for the moment, but will soon upgrade to Outlook 2010. The big problem is that we have about 50 computers here in our HQ, plus ~30 clients in branch offices (wich will get their Exchange migration later sometime). I'm the only IT personel, and having to go around and manually set up Outlook and copy over their PST contents is not a option I'm looking for. Some users have set outlook to keep messages for X number of days on the POP3 server, others have not. Using a POP3 connector to transfer over the mails is not a viable option. Here is what I've done so far: Created a transform for the Office 2003 administrative installation point Created a .PRF file to modify any existing e-mail account to switch over to Exchange (including the RPC-encrypt hotfix described in MSKB 2006508) Tested both transform and PRF, both works Created a test-OU and GPO containing the Office 2003 installation with transform applied, also works My big question is: How can I force Outlook to import any existing .PST into the new Exchange mailbox when the user starts up Outlook for the first time after the MST/PRF have been applied? Is this possible?

  • Permissions error when creating desktop shortcut

    Hey guys, I have a user that's got a weird permissions problem on Windows 7. He's trying to create a shortcut for Outlook on his desktop(he doesn't want it in his start menu or his taskbar...). If we right click the outlook.exe and do Send to Desktop, it works just fine. If we do a search for "outlook" in the search bar, and then try and drag and drop the outlook icon to the desktop, we get the error message "You need Permission to perform this action. You require permission from SYSTEM to make changes to this file: Microsoft Office Outlook 2007". Dragging and dropping other exe's onto the desktop work just fine. They create shortcuts without any problems. But if I try to do ANY of the Office programs (Word, Excel, Outlook, etc..) I get this permission error. Any ideas? He's using an A.D. account and he's in the local administrators group. He's an executive so he's not accepting "this isn't a real problem because I found another way to make a shortcut" as an answer. Any help is appreciated.

The good thing of this MS app is that I can record my voice in the app. If someone want to make a list for future then he just need to say and this can be recorded.  This is awesome when you feel that Mobile keypad is just not so fast as a normal regular keyboard.   Google docs are another good option to handle this thing. Just make a word file and use it. share it with friend with many option. One best thing is this app have very simply UI then any other apps.   One more alternative is https://trello.com which you hear from joel on their blog http://www.joelonsoftware.com/items/2011/09/13.html There are many html5 and browser based, mobile based app. Many of them support multi platform feature. this means you can have them from PC to your Pocket. One good thing we all wanted is offline. if you are not online thing will be saved and push back to server when you will be online.   The biggest problem with some apps are they are attractive easy but hard to learn. Their one feature are not clearly defined what he does. This make frustration and confusion to user. When app are not simple to use people start stop trying to learn it. That’s all the problem I have with asana.com If you don’t want to try anything then what about Sticky Notes that is part of Windows 7. This app are still usable since you can store the text on it. If you know any good app to make a task list that provide access from tablet/mobile then put comment here. In the whole world of app there is a lot of app for doing this same thing differently.   • Emails forwarded via postfix get flagged as spam and forged in Gmail

    I'm trying to setup a forwarding only email server. I'm running into the problem where all messages forwarded via postfix are getting put into gmail's spam folder and getting flagged as forged. I'm testing a very similar setup on a cpanel box and their forwarded emails make it through without any problem.   • Windows cannot find the host name "download.microsoft.com" using DNS

    When trying to download a file found on the Microsoft downloads center that starts with, for example, http://download.microsoft.com/download/6/8/7/(some_GUID)/(some_file_name.ext) i get a timeout with "Internet Explorer cannot display the webpage". More information says: Internet connectivity has been lost. The website is temporarily unavailable. The Domain Name Server (DNS) is not reachable. The Domain Name Server (DNS) does not have a listing for the website's domain. If this is an HTTPS (secure) address, click Tools, click Internet Options, click Advanced, and check to be sure the SSL and TLS protocols are enabled under the security section. Diagnose Connection problems says: Windows cannot find the host name "download.microsoft.com" using DNS Bear with me while i expand on the problem: It all started when i tried to download Windows XP mode for my Windows 7 machine. I went to the virtual PC site, then thru the motions of Windows Genuine Advantage which validated ok, but when it redirects to grab the file just times out with above error. (NB: i also tried with the latest Chrome and Firefox but no use due to the Genuine Advantage stuff, so i decided to stick with IE). I am behind an ADSL2+ modem router connecting via wireless (Win 7 Pro laptop); so i hop over to the desktop connected via ethernet (Vista Business), and same result; begin to think site download.microsoft.com site is down. So i give it a break an read up on EDNS, flushing the cache, hosts file, etc... Try again an hour later on the Win 7 machine, still no go; so i turn off the Win 7 (software) firewall, and lo and behold, i can connect and grab any files from download.microsoft.com; (...nice, so we have a Micro$0ft firewall preventing access to a Micro$0ft website, no wonder my auto-updates kept failing but that's another story). But i still am not happy that the desktop connected via ethernet still cannot get to download.microsoft.com, even though i turned off all firewalls, defenders, anti-virus, etc. What is so special / specific about the url download.microsoft.com, any other site is ok, including www.microsoft.com. Any networking guru know what's REALLY going on, and how can i get the desktop to connect? Ping download.microsoft.com - Ping request could not find host download.microsoft.com. Please check the name and try again. Ping google.com or even www.microsoft.com works gives me an IP address. NB: On the wireless laptop ping download.microsoft.com works, i get xxxx.ms.akamai.net [202.7.177.33].

  • Google Drive stripped Outlook 2010 of all emails, contacts, etc

    I have a business that requires I use the business email: david@alairhomes.com I loaded Google Drive as a free cloud to share project details with co-worker. Side effect is that Outlook 2010 does not work now. All incoming emails are now transferred to my personal Google account. Now I can not send business emails inclusive of business headers and footers since Outlook is erroring on send/receive. And all my history of email organization on Outlook is gone. I was previously successfully syncing outlook through Google calendar to keep my blackberry sync'd Your help is appreciated - thank you. David

    I'm a complete newbie to Windows and COM programming, trying to use com4j in order to call a COM object from Java. Com4j generates Java interfaces from COM definitions "often found in .ocx, .dll, .exe, and/or .tlb files" . It was easy for me to locate the .ocx file of my target COM object, but I have no clue regarding the standard interface iStream. Microsoft's documentation mentions OLE32.DLL ( c:\Windows\Windows32\Ole32.dll ?) , but neither the com4j generator nor oleviewer succeed in opening this file. Any hints?

    I'm trying to deal with a piece of specialized hardware, that presents it's interface as a COM object, using win32com in Python. However, the documentation for how to actually set up the hardware through the COM object is sparse (it requires a significant amount of initialization), and entirely oriented at using a bunch of pre-built libraries for Visual Studio, which are not accessible through python. That said, is there any way to watch all local COM activity, so I can sort through the activity logs to try and figure out how the existing demo programs properly initialize the hardware, and replicate the behavior in my python script? Ideally, there would be something in the vein of wireshark for doing this. Note: I have very little (read: basically no) experience using COM, as my focus is mostly embedded hardware (and a little python dev on the side). However, I'm stuck with this particular device.
