  • If You Could Cut Your Meeting Times in ½ Would You?

                    I know it sounds like a big promise. And what I'm thinking about may not cut a :60 minute meeting into :30 minutes, but it could make meetings and interactions up to 2X more productive. How? Social Media for the Enterprise, Not Social Media In the Enterprise Bear with me. I'm not talking about whether or not workers should or shouldn't have access to Facebook on corporate networks. That topic has been discussed @ length. I'm also not talking about the direct benefits of Social Networking tools like Presence (the ability to see someone online and ask a question in real-time), blogs, RSS feeds or external tools like Twitter. The Un-Measurable Benefits Would you do something that you believe will have a positive effect--but can't be measured? It's impossible to quantify the effectiveness of a meeting. However, what I am talking about would be more of a byproduct of all of the social networking tools above. Here's the hypothesis: As I've gotten more and more busy with work, family, travel and kids--and the same has happened to my friends and family--I'm less and less connected. But by introducing Facebook to my life I've not only made connections with longtime friends whom I haven't spoken to in years--but I've increased the pace and quality of interactions, on and offline, with close friends who I see and speak to every week. In some cases it even enhances the connections and interactions with those I see or speak to every day. The same holds true in an organization. Especially a larger one with highly matrixed organizational structures. You work with people on a project, new people come in with each different project and a disproportionate amount of time is spent getting oriented and staying current. Going back to the initial value proposition--making meetings shorter/more effective--a large amount of time is spent: -          At Project Kick-off: Meeting and understanding team member's histories, goals & roles -          Ongoing: Summarizing events since the last meeting or update email In my personal, Facebook life today I know that: -          My best friend from college - has been stranded in India for 5 days because of the volcano in Iceland and is now only 250 miles from home -          One of my co-workers started conference calls at 6:30 this morning -          My wife wasn't terribly pleased with my painting skills in our new bathroom (disclosure: she told me this face to face too) Strengthening Weak Links A recent article in CIO Magazine, Three Dangerous Social Media Misconceptions (Kristen Burnham, March 12, 2010) calls out the #1 misconception as follows: 1. "Face-to-face relationships are far more valuable than virtual ones." While some level of physical interaction will always add value to relationships, Gartner says that come 2020, most relationships and teams will be based on "weak links"--that is, you may not have personally met a contact, but you'll know of or may have interacted with him via social sites like Facebook, LinkedIn and Twitter. The sooner your enterprise adopts these tools, the sooner your employees will learn them, and the sooner you'll begin to cultivate these relationships-of-the-future.   I personally believe that it's not an either/or choice between face-to-face and virtual interactions. In fact, I'll be as bold as saying it doesn't matter. I can point to two extremely valuable work relationships that I've had over the past 5 years: -          I shared an office with one of them -          I met the other person, face-to-face, only once Both relationships were very productive. The dynamics were similar. The communication tactics differed immensely. What does matter is the quality, frequency and relevance of interactions. Still sound like too much? An over-promise?   • The Uganda .NET Usergroup meeting for January 2011 - a look back.

    We had a very interesting meeting on Friday 28th last week. We had 10 attendees and two speakers. The first topic presented was Cloud Computing, presented by Allan Rwakatungu @arwakatungu who works with MTN Uganda. He gave a very brilliant outline of how Cloud computing and service oriented applications had begun changing the platform for operating business and the costs it saves because of scalability and elasticity. He went on to demonstrate the steps you would take if you are beginning a new Windows Azure project. He explained the history and evolution of the Windows Azure, SQL Azure and cloud services offered by Amazon and google.com. The attendees had many questions to ask (obviously), but they were all answered very well. We once again thank Allan, for taking time to prepare the presentation and demonstrating for us. We recorded a video on the entire presentation and after doing some editing we will publish it. One wish which was echoed by most members was that Microsoft should open the cloud services and development for Africa. Microsoft currently does not even have servers here in Africa and so far, that does not put African developers in the same platform as other developers in other continents. Now is the time considering the improvements in network speeds and joining of the Seacom network and broadband.   I presented on Parallelism and Multithreading using .NET 4.0, I also gave some details on the language changes in C# 5.0 and the async keyword and the TaskEx class. I explained the Task, Scheduling of parallel tasks and demonstrated problems that may arise from using parallelism inappropriately. I also demonstrated the performance improvements that may be achieved by taking advantage of multi-core processors. You may download the presentation on Parallelism and Multi-threading from here. The resolution of the meeting was that we should meet more than once a month and begin other activities which should be more fun. e.g. Geek Dinner, Geek Beer or CodeCamp.   • How do I delete an Outlook calendar entry (after the meeting is over) without notifying the creator

    I have several meetings during the day and I like to be able to open my calendar and see what is left at a glance so I delete the meetings that I have already completed. If I do this close enough to the meeting time I am asked if I want to notify the creator. If I do this after the meeting has started Outlook automatically sends a notice to the creator that I have declined the meeting. I am only deleting the one instance so it is still in my calendar for the next time, however that creates an email that others must read/delete. I need to be able to remove single occurrences of meetings without automatically sending a notice that I am deleting the entry. NOTE: I am using Outlook 2007, I did not see anything in the Advanced Email Options. NOTE 2: I have seen this happen with Lotus notes as well (Like anyone actually uses that). NOTE 3: There is not a sent message created, only the creator of the calendar event will see the message.

  • Can Exchange be configured to populate a text/plain part of a meeting invite?

    I work in an environment where some people are using Microsoft Exchange and some people are not. The meeting invitations sent out by Exchange include a text/calendar attachment with the meeting information in iCal format. They also include an empty text/plain and an empty text/html part. Is there any way to configure Exchange such that it will populate either (or both!) the text/plain or the text/html part with a human-readable version of the meeting summary? This would help out people using mail clients that do not have native support for text/calendar attachments.

  • Great Silverlight User Group meeting last night - Thanks Joel!

    Last night's Silverlight User Group meeting in Phoenix went really well. We had about 15 in attendance, and everyone seemed engaged with Joel Neubeck's great Windows Phone 7 presentation. When it was over, we gave away a couple copies of Windows 7 Ultimate, one copy of the Expression Suite, an Arc Mouse, a web cam, a bunch of books, other assorted software and some TShirts.  All-in-all I think it was a good time had by all. Thanks to Joel Neubeck for the time and presentation and to Joe's mom for the babysitting! See you all next month.

  • Live Meeting error: malformed email address... or IS IT???

    During a remote SharePoint training session this morning, Live Meeting presented one of our instructors with the following gem:  "An attendee email address is malformed".  This was particularly troubling since a wizard took care of adding all the entries, and they looked correct (even after being sifted through my character analysis tool).As it turns out, the addresses were indeed correct.  As sometimes happens, though, at the line breaks, it looked like there was no space between the semicolon and the following email address.  Since I'm a member in good standing of the "I wonder what this button does" school of thought, I added an extra space after each of these cramped little semicolons -- and the invitation executed flawlessly.Coincidence?  Maybe... but you can bet I'm going to keep trying dumb stuff like that when the error message doesn't make sense.  Think of it as the tech support equivalent of "Ask a silly question..."

After all participants had the opportunity to get free pizza and soft drinks, Quent Herschelman gave an excellent presentation about Architecture Tools in Visual Studio 2010. He started with a brief introduction to the new MSDN subscriptions, the different versions of Visual Studio, and the full circle of application and solution integration for the new Team Foundation Server. I like the new structure of the MSDN subscriptions and the new options the Team Foundation Server offers! Quent continued his presentation with excellent information and demos of the Architecture Tools, focusing on Architecture Explorer and UML. INTERTECH donated a trainings certificate for $2495 for the first price and a Barnes & Noble Gift card in the amount of $50 for the second price to our monthly raffle!   • Sending Outlook Invites

    Sending an Outlook invite for a meeting (also referred to as S+ in Microsoft) is a simple thing to get right if you just run the quick mental check below, which is driven by visual cues in the Outlook UI. I know that some folks don’t do this often or are new to Outlook, so if you know one of those folks share this blog post with them and if they read nothing else ask them to read step 7. Add on the To line the folks that you want to be at the meeting. Indicate optional invitees. Click on the “To” button to bring up the dialog that lets you move folks to be Optional (you can also do this from the Scheduling Assistant). Set the Reminder according to the attendee that has to travel the most. 5 minutes is the minimum. Use the Response Options and uncheck the "Request Response" if your event is going ahead regardless of who can make it or not, i.e. if everyone is optional. Don’t force every recipient to make an extra click, instead make the extra click yourself - you are the organizer. Add a good subject Make the subject such that just by reading it folks know what the meeting is about. Examples, e.g. "Review…", "Finalize…", "XYZ sync up" If this is only between two people and what is commonly referred to as a one to one, the subject would be something like "MyName/YourName 1:1" Write the subject in such a way that when the recipient sees this on their calendar among all the other items, they know what this meeting is about without having to see location, recipients, or any other information about the invite. Add a location, typically a meeting room. If recipients are from different buildings, schedule it where the folks that are doing the other folks a favor live. Otherwise schedule it wherever the least amount of people will have to travel. If you send me an invite to come to your building, and there is more of us than you, you are silently sending me the message that you are doing me a favor so if you don’t want to do that, include a note of why this is in your building, e.g. "Sorry we are slammed with back to back meetings today so hope you can come over to our building". If this is in someone's office, the location would be something like "Moth's office (7/666)" where in parenthesis you see the office location. If some folks are remote in another building/country, or if you know you picked a time which wasn't free for everyone, add an Online option (click the Lync Meeting button). Add a date and time. This MUST be at a time that is showing on the recipients’ calendar as FREE or at worst TENTATIVE. You can check that on the Scheduling Assistant. The reality is that this is not always possible, so in that case you MUST say something about it in the Invite Body, e.g. "Sorry I can see X has a conflict, but I cannot find a better slot", or "With so many of us there are some conflicts and I cannot find a better slot so hope this works", or "Apologies but due to Y we must have this meeting at this time and I know there are some conflicts, hope you can make it anyway". When you do that, I better not be able to find a better slot myself for all of us, and of course when you do that you have implicitly designated the Busy folks as optional. Finally, the body of the invite. This has the agenda of the meeting and if applicable the courtesy apologies due to messing up steps 6 & 7. This should not be the introduction to the meeting, in other words the recipients should not be surprised when they see the invite and go to the body to read it. Notifying them of the meeting takes place via separate email where you explain the purpose and give them a heads up that you'll be sending an invite. That separate email is also your chance to attach documents, don’t do that as part of the invite. TIP: If you have sent mail about the meeting, you can then go to your sent folder to select the message and click the "Meeting" button (Ctrl+Alt+R). This will populate the body with the necessary background, auto select the mandatory and optional attendees as per the TO/CC line, and have a subject that may be good enough already (or you can tweak it). Long to write, but very quick to remember and enforce since most of it is common sense and the checklist is driven of the visual cues in the UI you use to send the invite.   • Calendar booking issue - Exchange 2003 and 2010

    In our organization we are running Exchange 2003 and 2010 simultaneously, with the hopes of migrating everyone to Exchange 2010 sometime within the next few months. Everyone is using Outlook 2010. Recently, we had an issue with transaction log storage on the Exchange 2003 server. This was resolved, but for some reason no meeting rooms on the Exchange 2003 server will automatically book meetings any longer. I have played around with this for a while, changing calendar permissions, turning resource scheduling off and back on, etc. No dice. My next step was to try migrating a resource to the Exchange 2010 server. After doing so, and setting it up as a Room, enabling Auto-Accept and removing the EnableDirectBooking registry entry on my PC, I can book a meeting with this room. If EnableDirectBooking is enabled, I get an error message stating: "Meeting Room" declined your meeting because it is recurring. You must book each meeting separately with this resource. This is despite the fact that the meeting I'm attempting to create has no recurrence. Now, I have also created a new test Room from scratch on the Exchange 2010 server, and I can book a meeting with this Room regardless of whether or not I have the EnableDirectBooking reg entry in place. All users here have this registry entry, and I'd rather not have to figure out how to push something out to remove it from every PC. Rather, I'd like to figure out what's different between the configurations of these two meeting rooms so that I could book a meeting room regardless of whether EnableDirectBooking is enabled or not. Any ideas, anyone? Thanks!

  • When send a meeting invite to a specific user, you get a undeliverable response back from another us

    We have a user, where it doesn't matter who sends it, but if you send her a meeting invite through outlook (exchange 2007), you get a non-deliverable message back from another user. Same one all the time though. I checked her shared calendar properties and removed the user from the list. I checked and made sure she wasn't using cache mode. I checked the manage full permissions and send permissions within exchange and the user is not listed. What am I missing? Notes: Using Outlook 2007 with Exchange 2007 on a XP box and Server 2008.

  • Outlook Calendar Error "The attachment size exceeds the allowable limit", even when there is no attachment

    I have an outlook meeting series that occurs weekly. Every week, I open the current occurrence, attach the current week’s meeting materials and send an update to the invites. I have done this for the same meeting series for several years. Recently, I started to run into a problem where every time I try to update or cancel a meeting occurrence I received the error “the attachment size exceeds the allowable limit” regardless of whether or not I have an attachment. I am not even able to cancel the series in order to start fresh. I have 2 questions regarding this issue: Is there any way to send attachments on the occurrence of a meeting invite without running into this issue? Is there any way to remove this meeting series?

  • Have an iPad's viewable area visible on your computer monitor for remote web-meeting training?

    I want to demo the usage of my iPad on my computer screen so that I can transmit it to other people during a training session using a web conference tool (like dimdim.com, gotomeeting.com, fuzemeeting.com, etc...) Is there a way to stream an iPad's display to a computer so it would be visible in such a screen casting software? My current ad-hoc solution for this would be to use a webcam to livecast me using a physical (real life) iPad and broadcast that to other users for training. This is undesirable due to the difficulty in really seeing the iPad well. So I'm hoping someone has a way to do: 1) Video output the iPad's display to my computer screen. 2) Emulate an iPad with a installed app (not having the source code) on the screen.

  • Is there a way to get the size of Outlook Calendar meeting items?

    In our Exchange environment, our company caps the size of an Exchange account at a certain size. That size is the sum of all the exchange related stuff stored on the server - includign both the Inbox and the Calendar. I can tell with the Mailbox properties, Folder Size... window that my Calendar is a good 50% of my account's footprint. Is there any way to get a more detailed view of what meetings in the Calendar are taking up the space? Given the general pattern of incoming mail, it's my belief that 2-5 meetings are responsible for 75% of the memory consumption... I just need to find which meetings are the problem... and with my current calendar, it's a bit like finding a needle in a haystack. Anyone got a trick for this?
