  • Which is the best way to catch an expiring domain name? [closed]

    I know a similar question has been asked, but I really don't know what to do. There is this .com domain which is currently on redemption period and should likely be available again within a month. I was wondering which is the best way to get it at a reasonable price. I don't think it's a highly valuable domain, it shows to have very bad ranking and has 0 exact same searches according to adwords. Why it is valuable to me is very simple: I have a project responding to this name. I already own the .net domain and would love to have the .com. I discovered the domain was going to be available thanks to an email I received by a backorder site. I did some research and these guys have a bad reputation on the web. I did further research and found that more reputable (at least in theory) companies should be the likes of snapnames, pool, namejet, godaddy, etc. I am a bit suspicious using these drop cathing services: What if they shill bids? What if they make it go into auction even if I'm the only person interested? What if I raise attention and interest to the domain by backordering? I just would rather wait for it to be deleted and available again to register it manually. It is really not an interesting domain name, and I don't think anyone would care to have it. But what if the domain is already being watched by the domain industry sharks? I did a whois research and my desired domain nameserves point to domcollect.com, which appears to be an auction site. What if I decide to wait for manual registration and I miss the chance to get it? I'm willing to spend the 60/70$ fees these sites require, but not really more than that. Suggestions? Thank you very much. I'm a bit confused and undecided.

  • How complex/straightforward should my programming challenge response in an interview be? [closed]

    I've had a couple of interviews for programmer positions in the past couple of weeks, and just about all of them have presented me with programming challenges. Write a program with XX language that can solve XX puzzle or problem, etc. I've had no problem answering the questions. What I'm unsure about is what the depth and breadth my response should be. What would an ideal response look like? How much oomph and time should I spend on elements of the code that aren't crucial to it running (Comments, Javadoc, error handling, etc.)? What if I have 1 hour/6 hours/a whole weekend to spend on it? What are the most important aspects of my response to the interviewer? What's worked for you in the past or what worked on you as an interviewer? I'm definitely one of those folks that can go all out on a project and make it truly shine, but I don't want to give them the impression that I'm going to waste their time and money on stuff they may not want or care about. I have a sneaking feeling there is no "wrong" way to respond to the challenge; each response has a redeeming quality about it, and the goals of the interview are subjective. Regardless, I would love your thoughts and input on this.

  • Moving soon, fiancee has new job: how to transition?

    I've found myself in a sort of conundrum lately and I figured Stack Overflow would be the place to ask this question. I normally post under my personal account here, but I'm writing in anonymously this time so as to make sure my co-workers don't find out too early that I'll be leaving them behind in a few months. My fiancee just landed a great software development job at a very large, stable company. She'll be starting after she graduates and just after we get married (May to June-ish). Her compensation and benefits package will be more than enough to take care of both of us, so I agreed to step down from my current position so we could move to a larger city with more opportunities. I'll probably take a few weeks off to decompress, but I don't want to stay unemployed very long. Since there will be less pressure on me to bring home a second income though, we're not as adverse to risk as we normally would be. I'm currently debating whether to eventually seek employment at a small company, a larger company, do contract work, or do something else entirely. I haven't been in the software development business long (2-3 years plus some small personal projects), but I've seen what things can be like at a startup (my first job) and at a more established, mid-sized business (my current job). Most importantly what I'm looking for out of a new employment opportunity is challenge and variety. Does this situation describe anyone on SO? If so, what did you do/what are you doing? How is it working out for you? Programming is a pleasure as well as a career skill for me, so I want to make sure it stays that way. Thanks to all in advance for any responses.

    I have read the documentation and some other questions' threads about this topic and I don't really feel convinced; I don't see clearly the limits of use of this technique. Fragments are now seen as a Best Practice; every Activity should be basically a support for one or more Fragments and not call a layout directly. Fragments are created in order to: allow the Activity to use many fragments, to change between them, to reuse these units... == the Fragment is totally dependent to the Context of an activity , so if I need something generic that I can reuse and handle in many Activities, I can create my own custom layouts or Views ... I will not care about this additional Complexity Developing Layer that fragments would add. a better handling to different resolution == OK for tablets/phones in case of long process that we can show two (or more) fragments in the same Activity in Tablets, and one by one in phones. But why would I use fragments always ? handling callbacks to navigate between Fragments (i.e: if the user is Logged-in I show a fragment else I show another fragment). === Just try to see how many bugs facebook SDK Log-in have because of this, to understand that it is really (?) ... considering that an Android Application is based on Activities... Adding another life cycles in the Activity would be better to design an Application... I mean the modules, the scenarios, the data management and the connectivity would be better designed, in that way. === This is an answer of someone who's used to see the Android SDK and Android Framework with a Fragments vision. I don't think it's wrong, but I am not sure it will give good results...   • Is it wrong to not support IE or older browsers? [closed]

    Possible Duplicate: So now Google has said no to old browsers when can the rest of us follow suit? Normally a SO browser but this question doesn't fit there, hopefully it fits here. I just want to ask from web designers' point of view if it's wrong to not care about supporting Internet Explorer or older browsers. The site I'm designing looks great in all browsers except IE9-. There are certain things that IE doesn't support or behave like other browsers; AJAX, JQuery, webkit stuff, some CSS styles, drop-and-drop files from OS etc etc, but it all works great in Safari, FireFox, Chrome etc. Should I be that concerned? I know there are several people that use IE, but it's limitations have just been causing me more work by having to come up with workarounds. From what I've read, many of the issues I've been having should be solved with IE10, but not everybody keeps up to date. I know of several people who are still using IE6! Again, I'm hoping this is the right place to ask a question like this, and if not, please point me to the right stack exchange site instead of just downvoting me. Thanks!

  • Is my htaccess setting hurting SEO?

    I have a site that I have redirecting to https. I do this to leverage wildcard SSL for my password protected pages. Everything seems to work fine with testing. For example, whether you type in http or www, you always get redirected to the SSL https... That said, I have about 200-300 external backlinks -- many high quality, yet google webmaster (along with SEOMoz), shows I have just 4... Huh? I'm embarrassed to say I just discovered this. This has led me to hypothesize that maybe my settings in htaccess is messed up, so google isn't recognizing a link because it's recorded on another site as http, instead of https. Maybe? At any rate, here is my simple htaccess setting for 301 www to http, and from http to https. RewriteCond %{SERVER_PORT} !443 RewriteCond %{HTTP_HOST} ^www\.example\.com$ [NC] RewriteRule ^(.*)$ http://example.com/$1 [L,R=301] RewriteCond %{SERVER_PORT} 443 RewriteCond %{HTTP_HOST} ^www\.example\.com$ [NC] RewriteRule ^(.*)$ https://example.com/$1 [L,R=301] Like I said, everything works fine for redirect over https, so I'd rather not screw up what works. On the other hand something is very wrong with google finding all my back links, so I need to fix something... I'm just wondering that maybe google isn't picking up a my backlinks from other websites recording me as http because I'm at https. Maybe google doesn't care and it's some other issue. Am I barking up the right tree? If so any quick fixes? Thanks as always!

  • How come there is still so much programming work?

    I wonder why programming jobs haven't yet "dried up" because of the software evolution, for example, I am a developer myself, which means that I do care about software (I mean I am not of the type of guys that needs a computer mainly to just browse the Internet), and still I wouldn't mind if I never receive any more updates on my Ubuntu machine. I find that it provides everything I need, and while the updates provide various bug fixes/improvements, I wouldn't mind using it with its current state for the rest of my life, for 2 years of Ubuntu usage I have never bumped at a serious bug/problem. Another example is Windows, almost half of it's users still use XP, which is practically ancient, yet they find it satisfying all their needs (and I agree with them). I could go with many more examples, but by now you are understanding my point and my question. While new "trends" appears all of the time (like a new mobile OS) which runs on new platforms and requires some fresh development work, still the majority of the software effort goes in to what I consider as "completed projects", or at least a state of a project which is enough to be considered as completed. Do you have an explanation? I can't think of the right tags for this question; please edit it the way you find it to be most appropriate.

  • Web hosting deciding to pay for hosting or host your own?

    Is there a guide out there on how to choose when to pay for web hosting vs. hosting your own? Assuming that root access is a must I would like to compare things like cost, scalability and personal stress. Here is what I could come up with. Paying for web hosting: Benefits: Much cheaper for a small scale. I assume anything under $50 a month would be cheaper than paying for the bandwidth of hosting. No stress in dealing with power outages, server restarts or internet going down. For the most part less busy work involved with setting up. Negatives: Cost goes way up when higher specs are needed (for example monthly cost triples with ability to use 8gb of ram that you can buy for $90 ). This means you have to target a particular ram usage and monitor so your instance stays within the threshold. root access for the most part is a premium. You may get tied into a vendor specific deployment process. Hosting on own : Positives: 100% control of specs and software. When you get past paying for the bandwidth you get much more bang for your buck by building your own machine. Negatives: Doesn't make financial sense if bandwidth costs are more than web hosting costs. Having to deal with power outages, server restarts or internet going down. I think the best of both worlds would be if there was a place that dealt with bandwidth, power outages and server restarts but you provided your own server. Kind of like a 24 hour day care for a server. Does anything like that exist?

  • Add to extra div to the side of the content

    Hi. I've read some post for adding extra divs to the both sides of the main content and act like a sidebars. But I want to add 2 extra div for adding some graphics and the right will be to the right of the actual sidebar. I took a screenshot for explain my self better. I've added to extra div before the pagewrap and working with css I locate the divs to left and to the right but there is a problem, if some has a resolution smaller then me the divs start moving messing up the loyout. I want that they stay near the content and the sidebar for all the resolution. I've tryed working with css with position and % but with no results. Ok so, the cyan rectangle would be the extra divs, and the gray graphics the contents of these. I don't care if the users has smaller resolutions, the graphics can go out the screen, but the "roots" must be fixed to the side of the main content ;) Hope I explained well.   • Installing Ubuntu on HP Envy 4 - 1104tx (preinstalled Windows 8)

    I have been using Linux for more than 2 years now. I had hp pavilion dv4 laptop and Ubuntu 12.04 was working great. I recently purchased HP Envy 4 - 1104tx which has Windows 8 preinstalled. I tried to install Ubuntu 12.04 but since it is not much compatible with UFEI, I downloaded 64 bit iso of ubuntu 12.10. Made a liveUSB using UnetBootin 583. I followed Installing Ubuntu on a Pre-Installed UEFI Supported Windows 8 system but still I am not able to boot with LiveUSB. I disabled secure boot. There is no option for fast boot or anything as such. It still wouldn't work. I also tried booting through Legacy, but I'm unable to install via LiveUSB. Is there any other way? I don't have SSD so no problem of fake raid. Is there some way by which I can install Ubuntu (12.04 preferred)? I don't care about Windows 8. Is there any way via which I can install Ubutnu over Windows 8? (I don't have a CD/DVD ROM).

  • Zen and the Art of File and Folder Organization

If you’ve been putting off getting organized because the task is too huge or daunting, or you don’t know where to start, we’ve got 40 tips to get you on the path to zen mastery of your filing system. For all those readers who would like to get their files and folders organized, or, if they’re already organized, better organized—we have compiled a complete guide to getting organized and staying organized, a comprehensive article that will hopefully cover every possible tip you could want. Signs that Your Computer is Poorly Organized If your computer is a mess, you’re probably already aware of it.  But just in case you’re not, here are some tell-tale signs: Your Desktop has over 40 icons on it “My Documents” contains over 300 files and 60 folders, including MP3s and digital photos You use the Windows’ built-in search facility whenever you need to find a file You can’t find programs in the out-of-control list of programs in your Start Menu You save all your Word documents in one folder, all your spreadsheets in a second folder, etc Any given file that you’re looking for may be in any one of four different sets of folders But before we start, here are some quick notes: We’re going to assume you know what files and folders are, and how to create, save, rename, copy and delete them The organization principles described in this article apply equally to all computer systems.  However, the screenshots here will reflect how things look on Windows (usually Windows 7).  We will also mention some useful features of Windows that can help you get organized. Everyone has their own favorite methodology of organizing and filing, and it’s all too easy to get into “My Way is Better than Your Way” arguments.  The reality is that there is no perfect way of getting things organized.  When I wrote this article, I tried to keep a generalist and objective viewpoint.  I consider myself to be unusually well organized (to the point of obsession, truth be told), and I’ve had 25 years experience in collecting and organizing files on computers.  So I’ve got a lot to say on the subject.  But the tips I have described here are only one way of doing it.  Hopefully some of these tips will work for you too, but please don’t read this as any sort of “right” way to do it. At the end of the article we’ll be asking you, the reader, for your own organization tips. Why Bother Organizing At All? For some, the answer to this question is self-evident. And yet, in this era of powerful desktop search software (the search capabilities built into the Windows Vista and Windows 7 Start Menus, and third-party programs like Google Desktop Search), the question does need to be asked, and answered. I have a friend who puts every file he ever creates, receives or downloads into his My Documents folder and doesn’t bother filing them into subfolders at all.  He relies on the search functionality built into his Windows operating system to help him find whatever he’s looking for.  And he always finds it.  He’s a Search Samurai.  For him, filing is a waste of valuable time that could be spent enjoying life! It’s tempting to follow suit.  On the face of it, why would anyone bother to take the time to organize their hard disk when such excellent search software is available?  Well, if all you ever want to do with the files you own is to locate and open them individually (for listening, editing, etc), then there’s no reason to ever bother doing one scrap of organization.  But consider these common tasks that are not achievable with desktop search software: Find files manually.  Often it’s not convenient, speedy or even possible to utilize your desktop search software to find what you want.  It doesn’t work 100% of the time, or you may not even have it installed.  Sometimes its just plain faster to go straight to the file you want, if you know it’s in a particular sub-folder, rather than trawling through hundreds of search results. Find groups of similar files (e.g. all your “work” files, all the photos of your Europe holiday in 2008, all your music videos, all the MP3s from Dark Side of the Moon, all your letters you wrote to your wife, all your tax returns).  Clever naming of the files will only get you so far.  Sometimes it’s the date the file was created that’s important, other times it’s the file format, and other times it’s the purpose of the file.  How do you name a collection of files so that they’re easy to isolate based on any of the above criteria?  Short answer, you can’t. Move files to a new computer.  It’s time to upgrade your computer.  How do you quickly grab all the files that are important to you?  Or you decide to have two computers now – one for home and one for work.  How do you quickly isolate only the work-related files to move them to the work computer? Synchronize files to other computers.  If you have more than one computer, and you need to mirror some of your files onto the other computer (e.g. your music collection), then you need a way to quickly determine which files are to be synced and which are not.  Surely you don’t want to synchronize everything? Choose which files to back up.  If your backup regime calls for multiple backups, or requires speedy backups, then you’ll need to be able to specify which files are to be backed up, and which are not.  This is not possible if they’re all in the same folder. Finally, if you’re simply someone who takes pleasure in being organized, tidy and ordered (me! me!), then you don’t even need a reason.  Being disorganized is simply unthinkable. Tips on Getting Organized Here we present our 40 best tips on how to get organized.  Or, if you’re already organized, to get better organized. Tip #1.  Choose Your Organization System Carefully The reason that most people are not organized is that it takes time.  And the first thing that takes time is deciding upon a system of organization.  This is always a matter of personal preference, and is not something that a geek on a website can tell you.  You should always choose your own system, based on how your own brain is organized (which makes the assumption that your brain is, in fact, organized). We can’t instruct you, but we can make suggestions: You may want to start off with a system based on the users of the computer.  i.e. “My Files”, “My Wife’s Files”, My Son’s Files”, etc.  Inside “My Files”, you might then break it down into “Personal” and “Business”.  You may then realize that there are overlaps.  For example, everyone may want to share access to the music library, or the photos from the school play.  So you may create another folder called “Family”, for the “common” files. You may decide that the highest-level breakdown of your files is based on the “source” of each file.  In other words, who created the files.  You could have “Files created by ME (business or personal)”, “Files created by people I know (family, friends, etc)”, and finally “Files created by the rest of the world (MP3 music files, downloaded or ripped movies or TV shows, software installation files, gorgeous desktop wallpaper images you’ve collected, etc).”  This system happens to be the one I use myself.  See below:  Mark is for files created by meVC is for files created by my company (Virtual Creations)Others is for files created by my friends and familyData is the rest of the worldAlso, Settings is where I store the configuration files and other program data files for my installed software (more on this in tip #34, below). Each folder will present its own particular set of requirements for further sub-organization.  For example, you may decide to organize your music collection into sub-folders based on the artist’s name, while your digital photos might get organized based on the date they were taken.  It can be different for every sub-folder! Another strategy would be based on “currentness”.  Files you have yet to open and look at live in one folder.  Ones that have been looked at but not yet filed live in another place.  Current, active projects live in yet another place.  All other files (your “archive”, if you like) would live in a fourth folder. (And of course, within that last folder you’d need to create a further sub-system based on one of the previous bullet points). Put some thought into this – changing it when it proves incomplete can be a big hassle!  Before you go to the trouble of implementing any system you come up with, examine a wide cross-section of the files you own and see if they will all be able to find a nice logical place to sit within your system. Tip #2.  When You Decide on Your System, Stick to It! There’s nothing more pointless than going to all the trouble of creating a system and filing all your files, and then whenever you create, receive or download a new file, you simply dump it onto your Desktop.  You need to be disciplined – forever!  Every new file you get, spend those extra few seconds to file it where it belongs!  Otherwise, in just a month or two, you’ll be worse off than before – half your files will be organized and half will be disorganized – and you won’t know which is which! Tip #3.  Choose the Root Folder of Your Structure Carefully Every data file (document, photo, music file, etc) that you create, own or is important to you, no matter where it came from, should be found within one single folder, and that one single folder should be located at the root of your C: drive (as a sub-folder of C:\).  In other words, do not base your folder structure in standard folders like “My Documents”.  If you do, then you’re leaving it up to the operating system engineers to decide what folder structure is best for you.  And every operating system has a different system!  In Windows 7 your files are found in C:\Users\YourName, whilst on Windows XP it was C:\Documents and Settings\YourName\My Documents.  In UNIX systems it’s often /home/YourName. These standard default folders tend to fill up with junk files and folders that are not at all important to you.  “My Documents” is the worst offender.  Every second piece of software you install, it seems, likes to create its own folder in the “My Documents” folder.  These folders usually don’t fit within your organizational structure, so don’t use them!  In fact, don’t even use the “My Documents” folder at all.  Allow it to fill up with junk, and then simply ignore it.  It sounds heretical, but: Don’t ever visit your “My Documents” folder!  Remove your icons/links to “My Documents” and replace them with links to the folders you created and you care about! Create your own file system from scratch!  Probably the best place to put it would be on your D: drive – if you have one.  This way, all your files live on one drive, while all the operating system and software component files live on the C: drive – simply and elegantly separated.  The benefits of that are profound.  Not only are there obvious organizational benefits (see tip #10, below), but when it comes to migrate your data to a new computer, you can (sometimes) simply unplug your D: drive and plug it in as the D: drive of your new computer (this implies that the D: drive is actually a separate physical disk, and not a partition on the same disk as C:).  You also get a slight speed improvement (again, only if your C: and D: drives are on separate physical disks). Warning:  From tip #12, below, you will see that it’s actually a good idea to have exactly the same file system structure – including the drive it’s filed on – on all of the computers you own.  So if you decide to use the D: drive as the storage system for your own files, make sure you are able to use the D: drive on all the computers you own.  If you can’t ensure that, then you can still use a clever geeky trick to store your files on the D: drive, but still access them all via the C: drive (see tip #17, below). If you only have one hard disk (C:), then create a dedicated folder that will contain all your files – something like C:\Files.  The name of the folder is not important, but make it a single, brief word. There are several reasons for this: When creating a backup regime, it’s easy to decide what files should be backed up – they’re all in the one folder! If you ever decide to trade in your computer for a new one, you know exactly which files to migrate You will always know where to begin a search for any file If you synchronize files with other computers, it makes your synchronization routines very simple.   It also causes all your shortcuts to continue to work on the other machines (more about this in tip #24, below). Once you’ve decided where your files should go, then put all your files in there – Everything!  Completely disregard the standard, default folders that are created for you by the operating system (“My Music”, “My Pictures”, etc).  In fact, you can actually relocate many of those folders into your own structure (more about that below, in tip #6). The more completely you get all your data files (documents, photos, music, etc) and all your configuration settings into that one folder, then the easier it will be to perform all of the above tasks. Once this has been done, and all your files live in one folder, all the other folders in C:\ can be thought of as “operating system” folders, and therefore of little day-to-day interest for us. Here’s a screenshot of a nicely organized C: drive, where all user files are located within the \Files folder:   Tip #4.  Use Sub-Folders This would be our simplest and most obvious tip.  It almost goes without saying.  Any organizational system you decide upon (see tip #1) will require that you create sub-folders for your files.  Get used to creating folders on a regular basis. Tip #5.  Don’t be Shy About Depth Create as many levels of sub-folders as you need.  Don’t be scared to do so.  Every time you notice an opportunity to group a set of related files into a sub-folder, do so.  Examples might include:  All the MP3s from one music CD, all the photos from one holiday, or all the documents from one client. It’s perfectly okay to put files into a folder called C:\Files\Me\From Others\Services\WestCo Bank\Statements\2009.  That’s only seven levels deep.  Ten levels is not uncommon.  Of course, it’s possible to take this too far.  If you notice yourself creating a sub-folder to hold only one file, then you’ve probably become a little over-zealous.  On the other hand, if you simply create a structure with only two levels (for example C:\Files\Work) then you really haven’t achieved any level of organization at all (unless you own only six files!).  Your “Work” folder will have become a dumping ground, just like your Desktop was, with most likely hundreds of files in it. Tip #6.  Move the Standard User Folders into Your Own Folder Structure Most operating systems, including Windows, create a set of standard folders for each of its users.  These folders then become the default location for files such as documents, music files, digital photos and downloaded Internet files.  In Windows 7, the full list is shown below: Some of these folders you may never use nor care about (for example, the Favorites folder, if you’re not using Internet Explorer as your browser).  Those ones you can leave where they are.  But you may be using some of the other folders to store files that are important to you.  Even if you’re not using them, Windows will still often treat them as the default storage location for many types of files.  When you go to save a standard file type, it can become annoying to be automatically prompted to save it in a folder that’s not part of your own file structure. But there’s a simple solution:  Move the folders you care about into your own folder structure!  If you do, then the next time you go to save a file of the corresponding type, Windows will prompt you to save it in the new, moved location. Moving the folders is easy.  Simply drag-and-drop them to the new location.  Here’s a screenshot of the default My Music folder being moved to my custom personal folder (Mark): Tip #7.  Name Files and Folders Intelligently This is another one that almost goes without saying, but we’ll say it anyway:  Do not allow files to be created that have meaningless names like Document1.doc, or folders called New Folder (2).  Take that extra 20 seconds and come up with a meaningful name for the file/folder – one that accurately divulges its contents without repeating the entire contents in the name. Tip #8.  Watch Out for Long Filenames Another way to tell if you have not yet created enough depth to your folder hierarchy is that your files often require really long names.  If you need to call a file Johnson Sales Figures March 2009.xls (which might happen to live in the same folder as Abercrombie Budget Report 2008.xls), then you might want to create some sub-folders so that the first file could be simply called March.xls, and living in the Clients\Johnson\Sales Figures\2009 folder. A well-placed file needs only a brief filename! Tip #9.  Use Shortcuts!  Everywhere! This is probably the single most useful and important tip we can offer.  A shortcut allows a file to be in two places at once. Why would you want that?  Well, the file and folder structure of every popular operating system on the market today is hierarchical.  This means that all objects (files and folders) always live within exactly one parent folder.  It’s a bit like a tree.  A tree has branches (folders) and leaves (files).  Each leaf, and each branch, is supported by exactly one parent branch, all the way back to the root of the tree (which, incidentally, is exactly why C:\ is called the “root folder” of the C: drive). That hard disks are structured this way may seem obvious and even necessary, but it’s only one way of organizing data.  There are others:  Relational databases, for example, organize structured data entirely differently.  The main limitation of hierarchical filing structures is that a file can only ever be in one branch of the tree – in only one folder – at a time.  Why is this a problem?  Well, there are two main reasons why this limitation is a problem for computer users: The “correct” place for a file, according to our organizational rationale, is very often a very inconvenient place for that file to be located.  Just because it’s correctly filed doesn’t mean it’s easy to get to.  Your file may be “correctly” buried six levels deep in your sub-folder structure, but you may need regular and speedy access to this file every day.  You could always move it to a more convenient location, but that would mean that you would need to re-file back to its “correct” location it every time you’d finished working on it.  Most unsatisfactory. A file may simply “belong” in two or more different locations within your file structure.  For example, say you’re an accountant and you have just completed the 2009 tax return for John Smith.  It might make sense to you to call this file 2009 Tax Return.doc and file it under Clients\John Smith.  But it may also be important to you to have the 2009 tax returns from all your clients together in the one place.  So you might also want to call the file John Smith.doc and file it under Tax Returns\2009.  The problem is, in a purely hierarchical filing system, you can’t put it in both places.  Grrrrr! Fortunately, Windows (and most other operating systems) offers a way for you to do exactly that:  It’s called a “shortcut” (also known as an “alias” on Macs and a “symbolic link” on UNIX systems).  Shortcuts allow a file to exist in one place, and an icon that represents the file to be created and put anywhere else you please.  In fact, you can create a dozen such icons and scatter them all over your hard disk.  Double-clicking on one of these icons/shortcuts opens up the original file, just as if you had double-clicked on the original file itself. Consider the following two icons: The one on the left is the actual Word document, while the one on the right is a shortcut that represents the Word document.  Double-clicking on either icon will open the same file.  There are two main visual differences between the icons: The shortcut will have a small arrow in the lower-left-hand corner (on Windows, anyway) The shortcut is allowed to have a name that does not include the file extension (the “.docx” part, in this case) You can delete the shortcut at any time without losing any actual data.  The original is still intact.  All you lose is the ability to get to that data from wherever the shortcut was. So why are shortcuts so great?  Because they allow us to easily overcome the main limitation of hierarchical file systems, and put a file in two (or more) places at the same time.  You will always have files that don’t play nice with your organizational rationale, and can’t be filed in only one place.  They demand to exist in two places.  Shortcuts allow this!  Furthermore, they allow you to collect your most often-opened files and folders together in one spot for convenient access.  The cool part is that the original files stay where they are, safe forever in their perfectly organized location. So your collection of most often-opened files can – and should – become a collection of shortcuts! If you’re still not convinced of the utility of shortcuts, consider the following well-known areas of a typical Windows computer: The Start Menu (and all the programs that live within it) The Quick Launch bar (or the Superbar in Windows 7) The “Favorite folders” area in the top-left corner of the Windows Explorer window (in Windows Vista or Windows 7) Your Internet Explorer Favorites or Firefox Bookmarks Each item in each of these areas is a shortcut!  Each of those areas exist for one purpose only:  For convenience – to provide you with a collection of the files and folders you access most often. It should be easy to see by now that shortcuts are designed for one single purpose:  To make accessing your files more convenient.  Each time you double-click on a shortcut, you are saved the hassle of locating the file (or folder, or program, or drive, or control panel icon) that it represents. Shortcuts allow us to invent a golden rule of file and folder organization: “Only ever have one copy of a file – never have two copies of the same file.  Use a shortcut instead” (this rule doesn’t apply to copies created for backup purposes, of course!) There are also lesser rules, like “don’t move a file into your work area – create a shortcut there instead”, and “any time you find yourself frustrated with how long it takes to locate a file, create a shortcut to it and place that shortcut in a convenient location.” So how to we create these massively useful shortcuts?  There are two main ways: “Copy” the original file or folder (click on it and type Ctrl-C, or right-click on it and select Copy):  Then right-click in an empty area of the destination folder (the place where you want the shortcut to go) and select Paste shortcut: Right-drag (drag with the right mouse button) the file from the source folder to the destination folder.  When you let go of the mouse button at the destination folder, a menu pops up: Select Create shortcuts here. Note that when shortcuts are created, they are often named something like Shortcut to Budget Detail.doc (windows XP) or Budget Detail – Shortcut.doc (Windows 7).   If you don’t like those extra words, you can easily rename the shortcuts after they’re created, or you can configure Windows to never insert the extra words in the first place (see our article on how to do this). And of course, you can create shortcuts to folders too, not just to files! Bottom line: Whenever you have a file that you’d like to access from somewhere else (whether it’s convenience you’re after, or because the file simply belongs in two places), create a shortcut to the original file in the new location. Tip #10.  Separate Application Files from Data Files Any digital organization guru will drum this rule into you.  Application files are the components of the software you’ve installed (e.g. Microsoft Word, Adobe Photoshop or Internet Explorer).  Data files are the files that you’ve created for yourself using that software (e.g. Word Documents, digital photos, emails or playlists). Software gets installed, uninstalled and upgraded all the time.  Hopefully you always have the original installation media (or downloaded set-up file) kept somewhere safe, and can thus reinstall your software at any time.  This means that the software component files are of little importance.  Whereas the files you have created with that software is, by definition, important.  It’s a good rule to always separate unimportant files from important files. So when your software prompts you to save a file you’ve just created, take a moment and check out where it’s suggesting that you save the file.  If it’s suggesting that you save the file into the same folder as the software itself, then definitely don’t follow that suggestion.  File it in your own folder!  In fact, see if you can find the program’s configuration option that determines where files are saved by default (if it has one), and change it. Tip #11.  Organize Files Based on Purpose, Not on File Type If you have, for example a folder called Work\Clients\Johnson, and within that folder you have two sub-folders, Word Documents and Spreadsheets (in other words, you’re separating “.doc” files from “.xls” files), then chances are that you’re not optimally organized.  It makes little sense to organize your files based on the program that created them.  Instead, create your sub-folders based on the purpose of the file.  For example, it would make more sense to create sub-folders called Correspondence and Financials.  It may well be that all the files in a given sub-folder are of the same file-type, but this should be more of a coincidence and less of a design feature of your organization system. Tip #12.  Maintain the Same Folder Structure on All Your Computers In other words, whatever organizational system you create, apply it to every computer that you can.  There are several benefits to this: There’s less to remember.  No matter where you are, you always know where to look for your files If you copy or synchronize files from one computer to another, then setting up the synchronization job becomes very simple Shortcuts can be copied or moved from one computer to another with ease (assuming the original files are also copied/moved).  There’s no need to find the target of the shortcut all over again on the second computer Ditto for linked files (e.g Word documents that link to data in a separate Excel file), playlists, and any files that reference the exact file locations of other files. This applies even to the drive that your files are stored on.  If your files are stored on C: on one computer, make sure they’re stored on C: on all your computers.  Otherwise all your shortcuts, playlists and linked files will stop working! Tip #13.  Create an “Inbox” Folder Create yourself a folder where you store all files that you’re currently working on, or that you haven’t gotten around to filing yet.  You can think of this folder as your “to-do” list.  You can call it “Inbox” (making it the same metaphor as your email system), or “Work”, or “To-Do”, or “Scratch”, or whatever name makes sense to you.  It doesn’t matter what you call it – just make sure you have one! Once you have finished working on a file, you then move it from the “Inbox” to its correct location within your organizational structure. You may want to use your Desktop as this “Inbox” folder.  Rightly or wrongly, most people do.  It’s not a bad place to put such files, but be careful:  If you do decide that your Desktop represents your “to-do” list, then make sure that no other files find their way there.  In other words, make sure that your “Inbox”, wherever it is, Desktop or otherwise, is kept free of junk – stray files that don’t belong there. So where should you put this folder, which, almost by definition, lives outside the structure of the rest of your filing system?  Well, first and foremost, it has to be somewhere handy.  This will be one of your most-visited folders, so convenience is key.  Putting it on the Desktop is a great option – especially if you don’t have any other folders on your Desktop:  the folder then becomes supremely easy to find in Windows Explorer: You would then create shortcuts to this folder in convenient spots all over your computer (“Favorite Links”, “Quick Launch”, etc). Tip #14.  Ensure You have Only One “Inbox” Folder Once you’ve created your “Inbox” folder, don’t use any other folder location as your “to-do list”.  Throw every incoming or created file into the Inbox folder as you create/receive it.  This keeps the rest of your computer pristine and free of randomly created or downloaded junk.  The last thing you want to be doing is checking multiple folders to see all your current tasks and projects.  Gather them all together into one folder. Here are some tips to help ensure you only have one Inbox: Set the default “save” location of all your programs to this folder. Set the default “download” location for your browser to this folder. If this folder is not your desktop (recommended) then also see if you can make a point of not putting “to-do” files on your desktop.  This keeps your desktop uncluttered and Zen-like: (the Inbox folder is in the bottom-right corner) Tip #15.  Be Vigilant about Clearing Your “Inbox” Folder This is one of the keys to staying organized.  If you let your “Inbox” overflow (i.e. allow there to be more than, say, 30 files or folders in there), then you’re probably going to start feeling like you’re overwhelmed:  You’re not keeping up with your to-do list.  Once your Inbox gets beyond a certain point (around 30 files, studies have shown), then you’ll simply start to avoid it.  You may continue to put files in there, but you’ll be scared to look at it, fearing the “out of control” feeling that all overworked, chaotic or just plain disorganized people regularly feel. So, here’s what you can do: Visit your Inbox/to-do folder regularly (at least five times per day). Scan the folder regularly for files that you have completed working on and are ready for filing.  File them immediately. Make it a source of pride to keep the number of files in this folder as small as possible.  If you value peace of mind, then make the emptiness of this folder one of your highest (computer) priorities If you know that a particular file has been in the folder for more than, say, six weeks, then admit that you’re not actually going to get around to processing it, and move it to its final resting place. Tip #16.  File Everything Immediately, and Use Shortcuts for Your Active Projects As soon as you create, receive or download a new file, store it away in its “correct” folder immediately.  Then, whenever you need to work on it (possibly straight away), create a shortcut to it in your “Inbox” (“to-do”) folder or your desktop.  That way, all your files are always in their “correct” locations, yet you still have immediate, convenient access to your current, active files.  When you finish working on a file, simply delete the shortcut. Ideally, your “Inbox” folder – and your Desktop – should contain no actual files or folders.  They should simply contain shortcuts. Tip #17.  Use Directory Symbolic Links (or Junctions) to Maintain One Unified Folder Structure Using this tip, we can get around a potential hiccup that we can run into when creating our organizational structure – the issue of having more than one drive on our computer (C:, D:, etc).  We might have files we need to store on the D: drive for space reasons, and yet want to base our organized folder structure on the C: drive (or vice-versa). Your chosen organizational structure may dictate that all your files must be accessed from the C: drive (for example, the root folder of all your files may be something like C:\Files).  And yet you may still have a D: drive and wish to take advantage of the hundreds of spare Gigabytes that it offers.  Did you know that it’s actually possible to store your files on the D: drive and yet access them as if they were on the C: drive?  And no, we’re not talking about shortcuts here (although the concept is very similar). By using the shell command mklink, you can essentially take a folder that lives on one drive and create an alias for it on a different drive (you can do lots more than that with mklink – for a full rundown on this programs capabilities, see our dedicated article).  These aliases are called directory symbolic links (and used to be known as junctions).  You can think of them as “virtual” folders.  They function exactly like regular folders, except they’re physically located somewhere else. For example, you may decide that your entire D: drive contains your complete organizational file structure, but that you need to reference all those files as if they were on the C: drive, under C:\Files.  If that was the case you could create C:\Files as a directory symbolic link – a link to D:, as follows: mklink /d c:\files d:\ Or it may be that the only files you wish to store on the D: drive are your movie collection.  You could locate all your movie files in the root of your D: drive, and then link it to C:\Files\Media\Movies, as follows: mklink /d c:\files\media\movies d:\ (Needless to say, you must run these commands from a command prompt – click the Start button, type cmd and press Enter) Tip #18. Customize Your Folder Icons This is not strictly speaking an organizational tip, but having unique icons for each folder does allow you to more quickly visually identify which folder is which, and thus saves you time when you’re finding files.  An example is below (from my folder that contains all files downloaded from the Internet): To learn how to change your folder icons, please refer to our dedicated article on the subject. Tip #19.  Tidy Your Start Menu The Windows Start Menu is usually one of the messiest parts of any Windows computer.  Every program you install seems to adopt a completely different approach to placing icons in this menu.  Some simply put a single program icon.  Others create a folder based on the name of the software.  And others create a folder based on the name of the software manufacturer.  It’s chaos, and can make it hard to find the software you want to run. Thankfully we can avoid this chaos with useful operating system features like Quick Launch, the Superbar or pinned start menu items. Even so, it would make a lot of sense to get into the guts of the Start Menu itself and give it a good once-over.  All you really need to decide is how you’re going to organize your applications.  A structure based on the purpose of the application is an obvious candidate.  Below is an example of one such structure: In this structure, Utilities means software whose job it is to keep the computer itself running smoothly (configuration tools, backup software, Zip programs, etc).  Applications refers to any productivity software that doesn’t fit under the headings Multimedia, Graphics, Internet, etc. In case you’re not aware, every icon in your Start Menu is a shortcut and can be manipulated like any other shortcut (copied, moved, deleted, etc). With the Windows Start Menu (all version of Windows), Microsoft has decided that there be two parallel folder structures to store your Start Menu shortcuts.  One for you (the logged-in user of the computer) and one for all users of the computer.  Having two parallel structures can often be redundant:  If you are the only user of the computer, then having two parallel structures is totally redundant.  Even if you have several users that regularly log into the computer, most of your installed software will need to be made available to all users, and should thus be moved out of the “just you” version of the Start Menu and into the “all users” area. To take control of your Start Menu, so you can start organizing it, you’ll need to know how to access the actual folders and shortcut files that make up the Start Menu (both versions of it).  To find these folders and files, click the Start button and then right-click on the All Programs text (Windows XP users should right-click on the Start button itself): The Open option refers to the “just you” version of the Start Menu, while the Open All Users option refers to the “all users” version.  Click on the one you want to organize. A Windows Explorer window then opens with your chosen version of the Start Menu selected.  From there it’s easy.  Double-click on the Programs folder and you’ll see all your folders and shortcuts.  Now you can delete/rename/move until it’s just the way you want it. Note:  When you’re reorganizing your Start Menu, you may want to have two Explorer windows open at the same time – one showing the “just you” version and one showing the “all users” version.  You can drag-and-drop between the windows. Tip #20.  Keep Your Start Menu Tidy Once you have a perfectly organized Start Menu, try to be a little vigilant about keeping it that way.  Every time you install a new piece of software, the icons that get created will almost certainly violate your organizational structure. So to keep your Start Menu pristine and organized, make sure you do the following whenever you install a new piece of software: Check whether the software was installed into the “just you” area of the Start Menu, or the “all users” area, and then move it to the correct area. Remove all the unnecessary icons (like the “Read me” icon, the “Help” icon (you can always open the help from within the software itself when it’s running), the “Uninstall” icon, the link(s)to the manufacturer’s website, etc) Rename the main icon(s) of the software to something brief that makes sense to you.  For example, you might like to rename Microsoft Office Word 2010 to simply Word Move the icon(s) into the correct folder based on your Start Menu organizational structure And don’t forget:  when you uninstall a piece of software, the software’s uninstall routine is no longer going to be able to remove the software’s icon from the Start Menu (because you moved and/or renamed it), so you’ll need to remove that icon manually. Tip #21.  Tidy C:\ The root of your C: drive (C:\) is a common dumping ground for files and folders – both by the users of your computer and by the software that you install on your computer.  It can become a mess. There’s almost no software these days that requires itself to be installed in C:\.  99% of the time it can and should be installed into C:\Program Files.  And as for your own files, well, it’s clear that they can (and almost always should) be stored somewhere else. In an ideal world, your C:\ folder should look like this (on Windows 7): Note that there are some system files and folders in C:\ that are usually and deliberately “hidden” (such as the Windows virtual memory file pagefile.sys, the boot loader file bootmgr, and the System Volume Information folder).  Hiding these files and folders is a good idea, as they need to stay where they are and are almost never needed to be opened or even seen by you, the user.  Hiding them prevents you from accidentally messing with them, and enhances your sense of order and well-being when you look at your C: drive folder. Tip #22.  Tidy Your Desktop The Desktop is probably the most abused part of a Windows computer (from an organization point of view).  It usually serves as a dumping ground for all incoming files, as well as holding icons to oft-used applications, plus some regularly opened files and folders.  It often ends up becoming an uncontrolled mess.  See if you can avoid this.  Here’s why… Application icons (Word, Internet Explorer, etc) are often found on the Desktop, but it’s unlikely that this is the optimum place for them.  The “Quick Launch” bar (or the Superbar in Windows 7) is always visible and so represents a perfect location to put your icons.  You’ll only be able to see the icons on your Desktop when all your programs are minimized.  It might be time to get your application icons off your desktop… You may have decided that the Inbox/To-do folder on your computer (see tip #13, above) should be your Desktop.  If so, then enough said.  Simply be vigilant about clearing it and preventing it from being polluted by junk files (see tip #15, above).  On the other hand, if your Desktop is not acting as your “Inbox” folder, then there’s no reason for it to have any data files or folders on it at all, except perhaps a couple of shortcuts to often-opened files and folders (either ongoing or current projects).  Everything else should be moved to your “Inbox” folder. In an ideal world, it might look like this: Tip #23.  Move Permanent Items on Your Desktop Away from the Top-Left Corner When files/folders are dragged onto your desktop in a Windows Explorer window, or when shortcuts are created on your Desktop from Internet Explorer, those icons are always placed in the top-left corner – or as close as they can get.  If you have other files, folders or shortcuts that you keep on the Desktop permanently, then it’s a good idea to separate these permanent icons from the transient ones, so that you can quickly identify which ones the transients are.  An easy way to do this is to move all your permanent icons to the right-hand side of your Desktop.  That should keep them separated from incoming items. Tip #24.  Synchronize If you have more than one computer, you’ll almost certainly want to share files between them.  If the computers are permanently attached to the same local network, then there’s no need to store multiple copies of any one file or folder – shortcuts will suffice.  However, if the computers are not always on the same network, then you will at some point need to copy files between them.  For files that need to permanently live on both computers, the ideal way to do this is to synchronize the files, as opposed to simply copying them. We only have room here to write a brief summary of synchronization, not a full article.  In short, there are several different types of synchronization: Where the contents of one folder are accessible anywhere, such as with Dropbox Where the contents of any number of folders are accessible anywhere, such as with Windows Live Mesh Where any files or folders from anywhere on your computer are synchronized with exactly one other computer, such as with the Windows “Briefcase”, Microsoft SyncToy, or (much more powerful, yet still free) SyncBack from 2BrightSparks.  This only works when both computers are on the same local network, at least temporarily. A great advantage of synchronization solutions is that once you’ve got it configured the way you want it, then the sync process happens automatically, every time.  Click a button (or schedule it to happen automatically) and all your files are automagically put where they’re supposed to be. If you maintain the same file and folder structure on both computers, then you can also sync files depend upon the correct location of other files, like shortcuts, playlists and office documents that link to other office documents, and the synchronized files still work on the other computer! Tip #25.  Hide Files You Never Need to See If you have your files well organized, you will often be able to tell if a file is out of place just by glancing at the contents of a folder (for example, it should be pretty obvious if you look in a folder that contains all the MP3s from one music CD and see a Word document in there).  This is a good thing – it allows you to determine if there are files out of place with a quick glance.  Yet sometimes there are files in a folder that seem out of place but actually need to be there, such as the “folder art” JPEGs in music folders, and various files in the root of the C: drive.  If such files never need to be opened by you, then a good idea is to simply hide them.  Then, the next time you glance at the folder, you won’t have to remember whether that file was supposed to be there or not, because you won’t see it at all! To hide a file, simply right-click on it and choose Properties: Then simply tick the Hidden tick-box:   Tip #26.  Keep Every Setup File These days most software is downloaded from the Internet.  Whenever you download a piece of software, keep it.  You’ll never know when you need to reinstall the software. Further, keep with it an Internet shortcut that links back to the website where you originally downloaded it, in case you ever need to check for updates. See tip #33 below for a full description of the excellence of organizing your setup files. Tip #27.  Try to Minimize the Number of Folders that Contain Both Files and Sub-folders Some of the folders in your organizational structure will contain only files.  Others will contain only sub-folders.  And you will also have some folders that contain both files and sub-folders.  You will notice slight improvements in how long it takes you to locate a file if you try to avoid this third type of folder.  It’s not always possible, of course – you’ll always have some of these folders, but see if you can avoid it. One way of doing this is to take all the leftover files that didn’t end up getting stored in a sub-folder and create a special “Miscellaneous” or “Other” folder for them. Tip #28.  Starting a Filename with an Underscore Brings it to the Top of a List Further to the previous tip, if you name that “Miscellaneous” or “Other” folder in such a way that its name begins with an underscore “_”, then it will appear at the top of the list of files/folders. The screenshot below is an example of this.  Each folder in the list contains a set of digital photos.  The folder at the top of the list, _Misc, contains random photos that didn’t deserve their own dedicated folder: Tip #29.  Clean Up those CD-ROMs and (shudder!) Floppy Disks Have you got a pile of CD-ROMs stacked on a shelf of your office?  Old photos, or files you archived off onto CD-ROM (or even worse, floppy disks!) because you didn’t have enough disk space at the time?  In the meantime have you upgraded your computer and now have 500 Gigabytes of space you don’t know what to do with?  If so, isn’t it time you tidied up that stack of disks and filed them into your gorgeous new folder structure? So what are you waiting for?  Bite the bullet, copy them all back onto your computer, file them in their appropriate folders, and then back the whole lot up onto a shiny new 1000Gig external hard drive! Useful Folders to Create This next section suggests some useful folders that you might want to create within your folder structure.  I’ve personally found them to be indispensable. The first three are all about convenience – handy folders to create and then put somewhere that you can always access instantly.  For each one, it’s not so important where the actual folder is located, but it’s very important where you put the shortcut(s) to the folder.  You might want to locate the shortcuts: On your Desktop In your “Quick Launch” area (or pinned to your Windows 7 Superbar) In your Windows Explorer “Favorite Links” area Tip #30.  Create an “Inbox” (“To-Do”) Folder This has already been mentioned in depth (see tip #13), but we wanted to reiterate its importance here.  This folder contains all the recently created, received or downloaded files that you have not yet had a chance to file away properly, and it also may contain files that you have yet to process.  In effect, it becomes a sort of “to-do list”.  It doesn’t have to be called “Inbox” – you can call it whatever you want. Tip #31.  Create a Folder where Your Current Projects are Collected Rather than going hunting for them all the time, or dumping them all on your desktop, create a special folder where you put links (or work folders) for each of the projects you’re currently working on. You can locate this folder in your “Inbox” folder, on your desktop, or anywhere at all – just so long as there’s a way of getting to it quickly, such as putting a link to it in Windows Explorer’s “Favorite Links” area: Tip #32.  Create a Folder for Files and Folders that You Regularly Open You will always have a few files that you open regularly, whether it be a spreadsheet of your current accounts, or a favorite playlist.  These are not necessarily “current projects”, rather they’re simply files that you always find yourself opening.  Typically such files would be located on your desktop (or even better, shortcuts to those files).  Why not collect all such shortcuts together and put them in their own special folder? As with the “Current Projects” folder (above), you would want to locate that folder somewhere convenient.  Below is an example of a folder called “Quick links”, with about seven files (shortcuts) in it, that is accessible through the Windows Quick Launch bar: See tip #37 below for a full explanation of the power of the Quick Launch bar. Tip #33.  Create a “Set-ups” Folder A typical computer has dozens of applications installed on it.  For each piece of software, there are often many different pieces of information you need to keep track of, including: The original installation setup file(s).  This can be anything from a simple 100Kb setup.exe file you downloaded from a website, all the way up to a 4Gig ISO file that you copied from a DVD-ROM that you purchased. The home page of the software manufacturer (in case you need to look up something on their support pages, their forum or their online help) The page containing the download link for your actual file (in case you need to re-download it, or download an upgraded version) The serial number Your proof-of-purchase documentation Any other template files, plug-ins, themes, etc that also need to get installed For each piece of software, it’s a great idea to gather all of these files together and put them in a single folder.  The folder can be the name of the software (plus possibly a very brief description of what it’s for – in case you can’t remember what the software does based in its name).  Then you would gather all of these folders together into one place, and call it something like “Software” or “Setups”. If you have enough of these folders (I have several hundred, being a geek, collected over 20 years), then you may want to further categorize them.  My own categorization structure is based on “platform” (operating system): The last seven folders each represents one platform/operating system, while _Operating Systems contains set-up files for installing the operating systems themselves.  _Hardware contains ROMs for hardware I own, such as routers. Within the Windows folder (above), you can see the beginnings of the vast library of software I’ve compiled over the years: An example of a typical application folder looks like this: Tip #34.  Have a “Settings” Folder We all know that our documents are important.  So are our photos and music files.  We save all of these files into folders, and then locate them afterwards and double-click on them to open them.  But there are many files that are important to us that can’t be saved into folders, and then searched for and double-clicked later on.  These files certainly contain important information that we need, but are often created internally by an application, and saved wherever that application feels is appropriate. A good example of this is the “PST” file that Outlook creates for us and uses to store all our emails, contacts, appointments and so forth.  Another example would be the collection of Bookmarks that Firefox stores on your behalf. And yet another example would be the customized settings and configuration files of our all our software.  Granted, most Windows programs store their configuration in the Registry, but there are still many programs that use configuration files to store their settings. Imagine if you lost all of the above files!  And yet, when people are backing up their computers, they typically only back up the files they know about – those that are stored in the “My Documents” folder, etc.  If they had a hard disk failure or their computer was lost or stolen, their backup files would not include some of the most vital files they owned.  Also, when migrating to a new computer, it’s vital to ensure that these files make the journey. It can be a very useful idea to create yourself a folder to store all your “settings” – files that are important to you but which you never actually search for by name and double-click on to open them.  Otherwise, next time you go to set up a new computer just the way you want it, you’ll need to spend hours recreating the configuration of your previous computer! So how to we get our important files into this folder?  Well, we have a few options: Some programs (such as Outlook and its PST files) allow you to place these files wherever you want.  If you delve into the program’s options, you will find a setting somewhere that controls the location of the important settings files (or “personal storage” – PST – when it comes to Outlook) Some programs do not allow you to change such locations in any easy way, but if you get into the Registry, you can sometimes find a registry key that refers to the location of the file(s).  Simply move the file into your Settings folder and adjust the registry key to refer to the new location. Some programs stubbornly refuse to allow their settings files to be placed anywhere other then where they stipulate.  When faced with programs like these, you have three choices:  (1) You can ignore those files, (2) You can copy the files into your Settings folder (let’s face it – settings don’t change very often), or (3) you can use synchronization software, such as the Windows Briefcase, to make synchronized copies of all your files in your Settings folder.  All you then have to do is to remember to run your sync software periodically (perhaps just before you run your backup software!). There are some other things you may decide to locate inside this new “Settings” folder: Exports of registry keys (from the many applications that store their configurations in the Registry).  This is useful for backup purposes or for migrating to a new computer Notes you’ve made about all the specific customizations you have made to a particular piece of software (so that you’ll know how to do it all again on your next computer) Shortcuts to webpages that detail how to tweak certain aspects of your operating system or applications so they are just the way you like them (such as how to remove the words “Shortcut to” from the beginning of newly created shortcuts).  In other words, you’d want to create shortcuts to half the pages on the How-To Geek website! Here’s an example of a “Settings” folder: Windows Features that Help with Organization This section details some of the features of Microsoft Windows that are a boon to anyone hoping to stay optimally organized. Tip #35.  Use the “Favorite Links” Area to Access Oft-Used Folders Once you’ve created your great new filing system, work out which folders you access most regularly, or which serve as great starting points for locating the rest of the files in your folder structure, and then put links to those folders in your “Favorite Links” area of the left-hand side of the Windows Explorer window (simply called “Favorites” in Windows 7):   Some ideas for folders you might want to add there include: Your “Inbox” folder (or whatever you’ve called it) – most important! The base of your filing structure (e.g. C:\Files) A folder containing shortcuts to often-accessed folders on other computers around the network (shown above as Network Folders) A folder containing shortcuts to your current projects (unless that folder is in your “Inbox” folder) Getting folders into this area is very simple – just locate the folder you’re interested in and drag it there! Tip #36.  Customize the Places Bar in the File/Open and File/Save Boxes Consider the screenshot below: The highlighted icons (collectively known as the “Places Bar”) can be customized to refer to any folder location you want, allowing instant access to any part of your organizational structure. Note:  These File/Open and File/Save boxes have been superseded by new versions that use the Windows Vista/Windows 7 “Favorite Links”, but the older versions (shown above) are still used by a surprisingly large number of applications. The easiest way to customize these icons is to use the Group Policy Editor, but not everyone has access to this program.  If you do, open it up and navigate to: User Configuration > Administrative Templates > Windows Components > Windows Explorer > Common Open File Dialog If you don’t have access to the Group Policy Editor, then you’ll need to get into the Registry.  Navigate to: HKEY_CURRENT_USER \ Software \ Microsoft  \ Windows \ CurrentVersion \ Policies \ comdlg32 \ Placesbar It should then be easy to make the desired changes.  Log off and log on again to allow the changes to take effect. Tip #37.  Use the Quick Launch Bar as a Application and File Launcher That Quick Launch bar (to the right of the Start button) is a lot more useful than people give it credit for.  Most people simply have half a dozen icons in it, and use it to start just those programs.  But it can actually be used to instantly access just about anything in your filing system: For complete instructions on how to set this up, visit our dedicated article on this topic. Tip #38.  Put a Shortcut to Windows Explorer into Your Quick Launch Bar This is only necessary in Windows Vista and Windows XP.  The Microsoft boffins finally got wise and added it to the Windows 7 Superbar by default. Windows Explorer – the program used for managing your files and folders – is one of the most useful programs in Windows.  Anyone who considers themselves serious about being organized needs instant access to this program at any time.  A great place to create a shortcut to this program is in the Windows XP and Windows Vista “Quick Launch” bar: To get it there, locate it in your Start Menu (usually under “Accessories”) and then right-drag it down into your Quick Launch bar (and create a copy). Tip #39.  Customize the Starting Folder for Your Windows 7 Explorer Superbar Icon If you’re on Windows 7, your Superbar will include a Windows Explorer icon.  Clicking on the icon will launch Windows Explorer (of course), and will start you off in your “Libraries” folder.  Libraries may be fine as a starting point, but if you have created yourself an “Inbox” folder, then it would probably make more sense to start off in this folder every time you launch Windows Explorer. To change this default/starting folder location, then first right-click the Explorer icon in the Superbar, and then right-click Properties:Then, in Target field of the Windows Explorer Properties box that appears, type %windir%\explorer.exe followed by the path of the folder you wish to start in.  For example: %windir%\explorer.exe C:\Files If that folder happened to be on the Desktop (and called, say, “Inbox”), then you would use the following cleverness: %windir%\explorer.exe shell:desktop\Inbox Then click OK and test it out. Tip #40.  Ummmmm…. No, that’s it.  I can’t think of another one.  That’s all of the tips I can come up with.  I only created this one because 40 is such a nice round number… Case Study – An Organized PC To finish off the article, I have included a few screenshots of my (main) computer (running Vista).  The aim here is twofold: To give you a sense of what it looks like when the above, sometimes abstract, tips are applied to a real-life computer, and To offer some ideas about folders and structure that you may want to steal to use on your own PC. Let’s start with the C: drive itself.  Very minimal.  All my files are contained within C:\Files.  I’ll confine the rest of the case study to this folder: That folder contains the following: Mark: My personal files VC: My business (Virtual Creations, Australia) Others contains files created by friends and family Data contains files from the rest of the world (can be thought of as “public” files, usually downloaded from the Net) Settings is described above in tip #34 The Data folder contains the following sub-folders: Audio:  Radio plays, audio books, podcasts, etc Development:  Programmer and developer resources, sample source code, etc (see below) Humour:  Jokes, funnies (those emails that we all receive) Movies:  Downloaded and ripped movies (all legal, of course!), their scripts, DVD covers, etc. Music:  (see below) Setups:  Installation files for software (explained in full in tip #33) System:  (see below) TV:  Downloaded TV shows Writings:  Books, instruction manuals, etc (see below) The Music folder contains the following sub-folders: Album covers:  JPEG scans Guitar tabs:  Text files of guitar sheet music Lists:  e.g. “Top 1000 songs of all time” Lyrics:  Text files MIDI:  Electronic music files MP3 (representing 99% of the Music folder):  MP3s, either ripped from CDs or downloaded, sorted by artist/album name Music Video:  Video clips Sheet Music:  usually PDFs The Data\Writings folder contains the following sub-folders: (all pretty self-explanatory) The Data\Development folder contains the following sub-folders: Again, all pretty self-explanatory (if you’re a geek) The Data\System folder contains the following sub-folders: These are usually themes, plug-ins and other downloadable program-specific resources. The Mark folder contains the following sub-folders: From Others:  Usually letters that other people (friends, family, etc) have written to me For Others:  Letters and other things I have created for other people Green Book:  None of your business Playlists:  M3U files that I have compiled of my favorite songs (plus one M3U playlist file for every album I own) Writing:  Fiction, philosophy and other musings of mine Mark Docs:  Shortcut to C:\Users\Mark Settings:  Shortcut to C:\Files\Settings\Mark The Others folder contains the following sub-folders: The VC (Virtual Creations, my business – I develop websites) folder contains the following sub-folders: And again, all of those are pretty self-explanatory.   • HTG Reviews the CODE Keyboard: Old School Construction Meets Modern Amenities

    There’s nothing quite as satisfying as the smooth and crisp action of a well built keyboard. If you’re tired of  mushy keys and cheap feeling keyboards, a well-constructed mechanical keyboard is a welcome respite from the $10 keyboard that came with your computer. Read on as we put the CODE mechanical keyboard through the paces. What is the CODE Keyboard? The CODE keyboard is a collaboration between manufacturer WASD Keyboards and Jeff Atwood of Coding Horror (the guy behind the Stack Exchange network and Discourse forum software). Atwood’s focus was incorporating the best of traditional mechanical keyboards and the best of modern keyboard usability improvements. In his own words: The world is awash in terrible, crappy, no name how-cheap-can-we-make-it keyboards. There are a few dozen better mechanical keyboard options out there. I’ve owned and used at least six different expensive mechanical keyboards, but I wasn’t satisfied with any of them, either: they didn’t have backlighting, were ugly, had terrible design, or were missing basic functions like media keys. That’s why I originally contacted Weyman Kwong of WASD Keyboards way back in early 2012. I told him that the state of keyboards was unacceptable to me as a geek, and I proposed a partnership wherein I was willing to work with him to do whatever it takes to produce a truly great mechanical keyboard. Even the ardent skeptic who questions whether Atwood has indeed created a truly great mechanical keyboard certainly can’t argue with the position he starts from: there are so many agonizingly crappy keyboards out there. Even worse, in our opinion, is that unless you’re a typist of a certain vintage there’s a good chance you’ve never actually typed on a really nice keyboard. Those that didn’t start using computers until the mid-to-late 1990s most likely have always typed on modern mushy-key keyboards and never known the joy of typing on a really responsive and crisp mechanical keyboard. Is our preference for and love of mechanical keyboards shining through here? Good. We’re not even going to try and hide it. So where does the CODE keyboard stack up in pantheon of keyboards? Read on as we walk you through the simple setup and our experience using the CODE. Setting Up the CODE Keyboard Although the setup of the CODE keyboard is essentially plug and play, there are two distinct setup steps that you likely haven’t had to perform on a previous keyboard. Both highlight the degree of care put into the keyboard and the amount of customization available. Inside the box you’ll find the keyboard, a micro USB cable, a USB-to-PS2 adapter, and a tool which you may be unfamiliar with: a key puller. We’ll return to the key puller in a moment. Unlike the majority of keyboards on the market, the cord isn’t permanently affixed to the keyboard. What does this mean for you? Aside from the obvious need to plug it in yourself, it makes it dead simple to repair your own keyboard cord if it gets attacked by a pet, mangled in a mechanism on your desk, or otherwise damaged. It also makes it easy to take advantage of the cable routing channels in on the underside of the keyboard to  route your cable exactly where you want it. While we’re staring at the underside of the keyboard, check out those beefy rubber feet. By peripherals standards they’re huge (and there is six instead of the usual four). Once you plunk the keyboard down where you want it, it might as well be glued down the rubber feet work so well. After you’ve secured the cable and adjusted it to your liking, there is one more task  before plug the keyboard into the computer. On the bottom left-hand side of the keyboard, you’ll find a small recess in the plastic with some dip switches inside: The dip switches are there to switch hardware functions for various operating systems, keyboard layouts, and to enable/disable function keys. By toggling the dip switches you can change the keyboard from QWERTY mode to Dvorak mode and Colemak mode, the two most popular alternative keyboard configurations. You can also use the switches to enable Mac-functionality (for Command/Option keys). One of our favorite little toggles is the SW3 dip switch: you can disable the Caps Lock key; goodbye accidentally pressing Caps when you mean to press Shift. You can review the entire dip switch configuration chart here. The quick-start for Windows users is simple: double check that all the switches are in the off position (as seen in the photo above) and then simply toggle SW6 on to enable the media and backlighting function keys (this turns the menu key on the keyboard into a function key as typically found on laptop keyboards). After adjusting the dip switches to your liking, plug the keyboard into an open USB port on your computer (or into your PS/2 port using the included adapter). Design, Layout, and Backlighting The CODE keyboard comes in two flavors, a traditional 87-key layout (no number pad) and a traditional 104-key layout (number pad on the right hand side). We identify the layout as traditional because, despite some modern trapping and sneaky shortcuts, the actual form factor of the keyboard from the shape of the keys to the spacing and position is as classic as it comes. You won’t have to learn a new keyboard layout and spend weeks conditioning yourself to a smaller than normal backspace key or a PgUp/PgDn pair in an unconventional location. Just because the keyboard is very conventional in layout, however, doesn’t mean you’ll be missing modern amenities like media-control keys. The following additional functions are hidden in the F11, F12, Pause button, and the 2×6 grid formed by the Insert and Delete rows: keyboard illumination brightness, keyboard illumination on/off, mute, and then the typical play/pause, forward/backward, stop, and volume +/- in Insert and Delete rows, respectively. While we weren’t sure what we’d think of the function-key system at first (especially after retiring a Microsoft Sidewinder keyboard with a huge and easily accessible volume knob on it), it took less than a day for us to adapt to using the Fn key, located next to the right Ctrl key, to adjust our media playback on the fly. Keyboard backlighting is a largely hit-or-miss undertaking but the CODE keyboard nails it. Not only does it have pleasant and easily adjustable through-the-keys lighting but the key switches the keys themselves are attached to are mounted to a steel plate with white paint. Enough of the light reflects off the interior cavity of the keys and then diffuses across the white plate to provide nice even illumination in between the keys. Highlighting the steel plate beneath the keys brings us to the actual construction of the keyboard. It’s rock solid. The 87-key model, the one we tested, is 2.0 pounds. The 104-key is nearly a half pound heavier at 2.42 pounds. Between the steel plate, the extra-thick PCB board beneath the steel plate, and the thick ABS plastic housing, the keyboard has very solid feel to it. Combine that heft with the previously mentioned thick rubber feet and you have a tank-like keyboard that won’t budge a millimeter during normal use. Examining The Keys This is the section of the review the hardcore typists and keyboard ninjas have been waiting for. We’ve looked at the layout of the keyboard, we’ve looked at the general construction of it, but what about the actual keys? There are a wide variety of keyboard construction techniques but the vast majority of modern keyboards use a rubber-dome construction. The key is floated in a plastic frame over a rubber membrane that has a little rubber dome for each key. The press of the physical key compresses the rubber dome downwards and a little bit of conductive material on the inside of the dome’s apex connects with the circuit board. Despite the near ubiquity of the design, many people dislike it. The principal complaint is that dome keyboards require a complete compression to register a keystroke; keyboard designers and enthusiasts refer to this as “bottoming out”. In other words, the register the “b” key, you need to completely press that key down. As such it slows you down and requires additional pressure and movement that, over the course of tens of thousands of keystrokes, adds up to a whole lot of wasted time and fatigue. The CODE keyboard features key switches manufactured by Cherry, a company that has manufactured key switches since the 1960s. Specifically the CODE features Cherry MX Clear switches. These switches feature the same classic design of the other Cherry switches (such as the MX Blue and Brown switch lineups) but they are significantly quieter (yes this is a mechanical keyboard, but no, your neighbors won’t think you’re firing off a machine gun) as they lack the audible click found in most Cherry switches. This isn’t to say that they keyboard doesn’t have a nice audible key press sound when the key is fully depressed, but that the key mechanism isn’t doesn’t create a loud click sound when triggered. One of the great features of the Cherry MX clear is a tactile “bump” that indicates the key has been compressed enough to register the stroke. For touch typists the very subtle tactile feedback is a great indicator that you can move on to the next stroke and provides a welcome speed boost. Even if you’re not trying to break any word-per-minute records, that little bump when pressing the key is satisfying. The Cherry key switches, in addition to providing a much more pleasant typing experience, are also significantly more durable than dome-style key switch. Rubber dome switch membrane keyboards are typically rated for 5-10 million contacts whereas the Cherry mechanical switches are rated for 50 million contacts. You’d have to write the next War and Peace  and follow that up with A Tale of Two Cities: Zombie Edition, and then turn around and transcribe them both into a dozen different languages to even begin putting a tiny dent in the lifecycle of this keyboard. So what do the switches look like under the classicly styled keys? You can take a look yourself with the included key puller. Slide the loop between the keys and then gently beneath the key you wish to remove: Wiggle the key puller gently back and forth while exerting a gentle upward pressure to pop the key off; You can repeat the process for every key, if you ever find yourself needing to extract piles of cat hair, Cheeto dust, or other foreign objects from your keyboard. There it is, the naked switch, the source of that wonderful crisp action with the tactile bump on each keystroke. The last feature worthy of a mention is the N-key rollover functionality of the keyboard. This is a feature you simply won’t find on non-mechanical keyboards and even gaming keyboards typically only have any sort of key roller on the high-frequency keys like WASD. So what is N-key rollover and why do you care? On a typical mass-produced rubber-dome keyboard you cannot simultaneously press more than two keys as the third one doesn’t register. PS/2 keyboards allow for unlimited rollover (in other words you can’t out type the keyboard as all of your keystrokes, no matter how fast, will register); if you use the CODE keyboard with the PS/2 adapter you gain this ability. If you don’t use the PS/2 adapter and use the native USB, you still get 6-key rollover (and the CTRL, ALT, and SHIFT don’t count towards the 6) so realistically you still won’t be able to out type the computer as even the more finger twisting keyboard combos and high speed typing will still fall well within the 6-key rollover. The rollover absolutely doesn’t matter if you’re a slow hunt-and-peck typist, but if you’ve read this far into a keyboard review there’s a good chance that you’re a serious typist and that kind of quality construction and high-number key rollover is a fantastic feature.  The Good, The Bad, and the Verdict We’ve put the CODE keyboard through the paces, we’ve played games with it, typed articles with it, left lengthy comments on Reddit, and otherwise used and abused it like we would any other keyboard. The Good: The construction is rock solid. In an emergency, we’re confident we could use the keyboard as a blunt weapon (and then resume using it later in the day with no ill effect on the keyboard). The Cherry switches are an absolute pleasure to type on; the Clear variety found in the CODE keyboard offer a really nice middle-ground between the gun-shot clack of a louder mechanical switch and the quietness of a lesser-quality dome keyboard without sacrificing quality. Touch typists will love the subtle tactile bump feedback. Dip switch system makes it very easy for users on different systems and with different keyboard layout needs to switch between operating system and keyboard layouts. If you’re investing a chunk of change in a keyboard it’s nice to know you can take it with you to a different operating system or “upgrade” it to a new layout if you decide to take up Dvorak-style typing. The backlighting is perfect. You can adjust it from a barely-visible glow to a blazing light-up-the-room brightness. Whatever your intesity preference, the white-coated steel backplate does a great job diffusing the light between the keys. You can easily remove the keys for cleaning (or to rearrange the letters to support a new keyboard layout). The weight of the unit combined with the extra thick rubber feet keep it planted exactly where you place it on the desk. The Bad: While you’re getting your money’s worth, the $150 price tag is a shock when compared to the $20-60 price tags you find on lower-end keyboards. People used to large dedicated media keys independent of the traditional key layout (such as the large buttons and volume controls found on many modern keyboards) might be off put by the Fn-key style media controls on the CODE. The Verdict: The keyboard is clearly and heavily influenced by the needs of serious typists. Whether you’re a programmer, transcriptionist, or just somebody that wants to leave the lengthiest article comments the Internet has ever seen, the CODE keyboard offers a rock solid typing experience. Yes, $150 isn’t pocket change, but the quality of the CODE keyboard is so high and the typing experience is so enjoyable, you’re easily getting ten times the value you’d get out of purchasing a lesser keyboard. Even compared to other mechanical keyboards on the market, like the Das Keyboard, you’re still getting more for your money as other mechanical keyboards don’t come with the lovely-to-type-on Cherry MX Clear switches, back lighting, and hardware-based operating system keyboard layout switching. If it’s in your budget to upgrade your keyboard (especially if you’ve been slogging along with a low-end rubber-dome keyboard) there’s no good reason to not pickup a CODE keyboard.   • The Product Owner

    In a previous post, I outlined the rules of Scrum.  This post details one of those rules. Picking a most important part of Scrum is difficult.  All of the rules are required, but if there were one rule that is “more” required that every other rule, its having a good Product Owner.  Simply put, the Product Owner can make or break the project. Duties of the Product Owner A Product Owner has many duties and responsibilities.  I’ll talk about each of these duties in detail below. A Product Owner: Discovers and records stories for the backlog. Prioritizes stories in the Product Backlog, Release Backlog and Iteration Backlog. Determines Release dates and Iteration Dates. Develops story details and helps the team understand those details. Helps QA to develop acceptance tests. Interact with the Customer to make sure that the product is meeting the customer’s needs. Discovers and Records Stories for the Backlog When I do Scrum, I always use User Stories as the means for capturing functionality that’s required in the system.  Some people will use Use Cases, but the same rule applies.  The Product Owner has the ultimate responsibility for figuring out what functionality will be in the system.  Many different mechanisms for capturing this input can be used.  User interviews are great, but all sources should be considered, including talking with Customer Support types.  Often, they hear what users are struggling with the most and are a great source for stories that can make the application easier to use. Care should be taken when soliciting user stories from technical types such as programmers and the people that manage them.  They will almost always give stories that are very technical in nature and may not have a direct benefit for the end user.  Stories are about adding value to the company.  If the stories don’t have direct benefit to the end user, the Product Owner should question whether or not the story should be implemented.  In general, technical stories should be included as tasks in User Stories.  Technical stories are often needed, but the ultimate value to the user is in user based functionality, so technical stories should be considered nothing more than overhead in providing that user functionality. Until the iteration prior to development, stories should be nothing more than short, one line placeholders. An exercise called Story Planning can be used to brainstorm and come up with stories.  I’ll save the description of this activity for another blog post. For more information on User Stories, please read the book User Stories Applied by Mike Cohn. Prioritizes Stories in the Product Backlog, Release Backlog and Iteration Backlog Prioritization of stories is one of the most difficult tasks that a Product Owner must do.  A key concept of Scrum done right is the need to have the team working from a single set of prioritized stories.  If the team does not have a single set of prioritized stories, Scrum will likely fail at your organization.  The Product Owner is the ONLY person who has the responsibility to prioritize that list.  The Product Owner must be very diplomatic and sincerely listen to the people around him so that he can get the priorities correct. Just listening will still not yield the proper priorities.  Care must also be taken to ensure that Return on Investment is also considered.  Ultimately, determining which stories give the most value to the company for the least cost is the most important factor in determining priorities.  Product Owners should be willing to look at cold, hard numbers to determine the order for stories.  Even when many people want a feature, if that features is costly to develop, it may not have as high of a return on investment as features that are cheaper, but not as popular. The act of prioritization often causes conflict in an environment.  Customer Service thinks that feature X is the most important, because it will stop people from calling.  Operations thinks that feature Y is the most important, because it will stop servers from crashing.  Developers think that feature Z is most important because it will make writing software much easier for them.  All of these are useful goals, but the team can have only one list of items, and each item must have a priority that is different from all other stories.  The Product Owner will determine which feature gives the best return on investment and the other features will have to wait their turn, which means that someone will not have their top priority feature implemented first. A weak Product Owner will refuse to do prioritization.  I’ve heard from multiple Product Owners the following phrase, “Well, it’s all got to be done, so what does it matter what order we do it in?”  If your product owner is using this phrase, you need a new Product Owner.  Order is VERY important.  In Scrum, every release is potentially shippable.  If the wrong priority items are developed, then the value added in each release isn’t what it should be.  Additionally, the Product Owner with this mindset doesn’t understand Agile.  A product is NEVER finished, until the company has decided that it is no longer a going concern and they are no longer going to sell the product.  Therefore, prioritization isn’t an event, its something that continues every day.  The logical extension of the phrase “It’s all got to be done” is that you will never ship your product, since a product is never “done.”  Once stories have been prioritized, assigning them to the Release Backlog and the Iteration Backlog becomes relatively simple.  The top priority items are copied into the respective backlogs in order and the task is complete.  The team does have the right to shuffle things around a little in the iteration backlog.  For example, they may determine that working on story C with story A is appropriate because they’re related, even though story B is technically a higher priority than story C.  Or they may decide that story B is too big to complete in the time available after Story A has tasks created, so they’ll work on Story C since it’s smaller.  They can’t, however, go deep into the backlog to pick stories to implement.  The team and the Product Owner should work together to determine what’s best for the company. Prioritization is time consuming, but its one of the most important things a Product Owner does. Determines Release Dates and Iteration Dates Product owners are responsible for determining release dates for a product.  A common misconception that Product Owners have is that every “release” needs to correspond with an actual release to customers.  This is not the case.  In general, releases should be no more than 3 months long.  You  may decide to release the product to the customers, and many companies do release the product to customers, but it may also be an internal release. If a release date is too far away, developers will fall into the trap of not feeling a sense of urgency.  The date is far enough away that they don’t need to give the release their full attention.  Additionally, important tasks, such as performance tuning, regression testing, user documentation, and release preparation, will not happen regularly, making them much more difficult and time consuming to do.  The more frequently you do these tasks, the easier they are to accomplish. The Product Owner will be a key participant in determining whether or not a release should be sent out to the customers.  The determination should be made on whether or not the features contained in the release are valuable enough  and complete enough that the customers will see real value in the release.  Often, some features will take more than three months to get them to a state where they qualify for a release or need additional supporting features to be released.  The product owner has the right to make this determination. In addition to release dates, the Product Owner also will help determine iteration dates.  In general, an iteration length should be chosen and the team should follow that iteration length for an extended period of time.  If the iteration length is changed every iteration, you’re not doing Scrum.  Iteration lengths help the team and company get into a rhythm of developing quality software.  Iterations should be somewhere between 2 and 4 weeks in length.  Any shorter, and significant software will likely not be developed.  Any longer, and the team won’t feel urgency and planning will become very difficult. Iterations may not be extended during the iteration.  Companies where Scrum isn’t really followed will often use this as a strategy to complete all stories.  They don’t want to face the harsh reality of what their true performance is, and looking good is more important than seeking visibility and improving the process and team.  Companies like this typically don’t allow failure.  This is unhealthy.  Failure is part of life and unless we learn from it, we can’t improve.  I would much rather see a team push out stories to the next iteration and then have healthy discussions about why they failed rather than extend the iteration and not deal with the core problems. If iteration length varies, retrospectives become more difficult.  For example, evaluating the performance of the team’s estimation efforts becomes much more difficult if the iteration length varies.  Also, the team must have a velocity measurement.  If the iteration length varies, measuring velocity becomes impossible and upper management no longer will have the ability to evaluate the teams performance.  People external to the team will no longer have the ability to determine when key features are likely to be developed.  Variable iterations cause the entire company to fail and likely cause Scrum to fail at an organization. Develops Story Details and Helps the Team Understand Those Details A key concept in Scrum is that the stories are nothing more than a placeholder for a conversation.  Stories should be nothing more than short, one line statements about the functionality.  The team will then converse with the Product Owner about the details about that story.  The product owner needs to have a very good idea about what the details of the story are and needs to be able to help the team understand those details. Too often, we see this requirement as being translated into the need for comprehensive documentation about the story, including old fashioned requirements documentation.  The team should only develop the documentation that is required and should not develop documentation that is only created because their is a process to do so. In general, what we see that works best is the iteration before a team starts development work on a story, the Product Owner, with other appropriate business analysts, will develop the details of that story.  They’ll figure out what business rules are required, potentially make paper prototypes or other light weight mock-ups, and they seek to understand the story and what is implied.  Note that the time allowed for this task is deliberately short.  The Product Owner only has a single iteration to develop all of the stories for the next iteration. If more than one iteration is used, I’ve found that teams will end up with Big Design Up Front and traditional requirements documents.  This is a waste of time, since the team will need to then have discussions with the Product Owner to figure out what the requirements document says.  Instead of this, skip making the pretty pictures and detailing the nuances of the requirements and build only what is minimally needed by the team to do development.  If something comes up during development, you can address it at that time and figure out what you want to do.  The goal is to keep things as light weight as possible so that everyone can move as quickly as possible. Helps QA to Develop Acceptance Tests In Scrum, no story can be counted until it is accepted by QA.  Because of this, acceptance tests are very important to the team.  In general, acceptance tests need to be developed prior to the iteration or at the very beginning of the iteration so that the team can make sure that the tasks that they develop will fulfill the acceptance criteria. The Product Owner will help the team, including QA, understand what will make the story acceptable.  Note that the Product Owner needs to be careful about specifying that the feature will work “Perfectly” at the end of the iteration.  In general, features are developed a little bit at a time, so only the bit that is being developed should be considered as necessary for acceptance. A weak Product Owner will make statements like “Do it right the first time.”  Not only are these statements damaging to the team (like they would try to do it WRONG the first time . . .), they’re also ignoring the iterative nature of Scrum.  Additionally, a weak product owner will seek to add scope in the acceptance testing.  For example, they will refuse to determine acceptance at the beginning of the iteration, and then, after the team has planned and committed to the iteration, they will expand scope by defining acceptance.  This often causes the team to miss the iteration because scope that wasn’t planned on is included.  There are ways that the team can mitigate this problem.  For example, include extra “Product Owner” time to deal with the uncertainty that you know will be introduced by the Product Owner.  This will slow the perceived velocity of the team and is not ideal, since they’ll be doing more work than they get credit for. Interact with the Customer to Make Sure that the Product is Meeting the Customer’s Needs Once development is complete, what the team has worked on should be put in front of real live people to see if it meets the needs of the customer.  One of the great things about Agile is that if something doesn’t work, we can revisit it in a future iteration!  This frees up the team to make the best decision now and know that if that decision proves to be incorrect, the team can revisit it and change that decision. Features are about adding value to the customer, so if the customer doesn’t find them useful, then having the team make tweaks is valuable.  In general, most software will be 80 to 90 percent “right” after the initial round and only minor tweaks are required.  If proper coding standards are followed, these tweaks are usually minor and easy to accomplish.  Product Owners that are doing a good job will encourage real users to see and use the software, since they know that they are trying to add value to the customer. Poor product owners will think that they know the answers already, that their customers are silly and do stupid things and that they don’t need customer input.  If you have a product owner that is afraid to show the team’s work to real customers, you probably need a different product owner.   • Currency Conversion in Oracle BI applications

The facts store various numerical information including amounts. Example; Order Amount, Invoice Amount etc. With the true global nature of business now-a-days, the end-users want to view the reports in their own currency or in global/common currency as defined by their business. This presents a unique opportunity in BI to provide the amounts in converted rates either by pre-storing or by doing on-the-fly conversions while displaying the reports to the users. Source Systems OBIA caters to various source systems like EBS, PSFT, Sebl, JDE, Fusion etc. Each source has its own unique and intricate ways of defining and storing currency data, doing currency conversions and presenting to the OLTP users. For example; EBS stores conversion rates between currencies which can be classified by conversion rates, like Corporate rate, Spot rate, Period rate etc. Siebel stores exchange rates by conversion rates like Daily. EBS/Fusion stores the conversion rates for each day, where as PSFT/Siebel store for a range of days. PSFT has Rate Multiplication Factor and Rate Division Factor and we need to calculate the Rate based on them, where as other Source systems store the Currency Exchange Rate directly. OBIA Design The data consolidation from various disparate source systems, poses the challenge to conform various currencies, rate types, exchange rates etc., and designing the best way to present the amounts to the users without affecting the performance. When consolidating the data for reporting in OBIA, we have designed the mechanisms in the Common Dimension, to allow users to report based on their required currencies. OBIA Facts store amounts in various currencies: Document Currency: This is the currency of the actual transaction. For a multinational company, this can be in various currencies. Local Currency: This is the base currency in which the accounting entries are recorded by the business. This is generally defined in the Ledger of the company. Global Currencies: OBIA provides five Global Currencies. Three are used across all modules. The last two are for CRM only. A Global currency is very useful when creating reports where the data is viewed enterprise-wide. Example; a US based multinational would want to see the reports in USD. The company will choose USD as one of the global currencies. OBIA allows users to define up-to five global currencies during the initial implementation. The term Currency Preference is used to designate the set of values: Document Currency, Local Currency, Global Currency 1, Global Currency 2, Global Currency 3; which are shared among all modules. There are four more currency preferences, specific to certain modules: Global Currency 4 (aka CRM Currency) and Global Currency 5 which are used in CRM; and Project Currency and Contract Currency, used in Project Analytics. When choosing Local Currency for Currency preference, the data will show in the currency of the Ledger (or Business Unit) in the prompt. So it is important to select one Ledger or Business Unit when viewing data in Local Currency. More on this can be found in the section: Toggling Currency Preferences in the Dashboard. Design Logic When extracting the fact data, the OOTB mappings extract and load the document amount, and the local amount in target tables. It also loads the exchange rates required to convert the document amount into the corresponding global amounts. If the source system only provides the document amount in the transaction, the extract mapping does a lookup to get the Local currency code, and the Local exchange rate. The Load mapping then uses the local currency code and rate to derive the local amount. The load mapping also fetches the Global Currencies and looks up the corresponding exchange rates. The lookup of exchange rates is done via the Exchange Rate Dimension provided as a Common/Conforming Dimension in OBIA. The Exchange Rate Dimension stores the exchange rates between various currencies for a date range and Rate Type. Two physical tables W_EXCH_RATE_G and W_GLOBAL_EXCH_RATE_G are used to provide the lookups and conversions between currencies. The data is loaded from the source system’s Ledger tables. W_EXCH_RATE_G stores the exchange rates between currencies with a date range. On the other hand, W_GLOBAL_EXCH_RATE_G stores the currency conversions between the document currency and the pre-defined five Global Currencies for each day. Based on the requirements, the fact mappings can decide and use one or both tables to do the conversion. Currency design in OBIA also taps into the MLS and Domain architecture, thus allowing the users to map the currencies to a universal Domain during the implementation time. This is especially important for companies deploying and using OBIA with multiple source adapters. Some Gotchas to Look for It is necessary to think through the currencies during the initial implementation. 1) Identify various types of currencies that are used by your business. Understand what will be your Local (or Base) and Documentation currency. Identify various global currencies that your users will want to look at the reports. This will be based on the global nature of your business. Changes to these currencies later in the project, while permitted, but may cause Full data loads and hence lost time. 2) If the user has a multi source system make sure that the Global Currencies and Global Rate Types chosen in Configuration Manager do have the corresponding source specific counterparts. In other words, make sure for every DW specific value chosen for Currency Code or Rate Type, there is a source Domain mapping already done. Technical Section This section will briefly mention the technical scenarios employed in the OBIA adaptors to extract data from each source system. In OBIA, we have two main tables which store the Currency Rate information as explained in previous sections. W_EXCH_RATE_G and W_GLOBAL_EXCH_RATE_G are the two tables. W_EXCH_RATE_G stores all the Currency Conversions present in the source system. It captures data for a Date Range. W_GLOBAL_EXCH_RATE_G has Global Currency Conversions stored at a Daily level. However the challenge here is to store all the 5 Global Currency Exchange Rates in a single record for each From Currency. Let’s voyage further into the Source System Extraction logic for each of these tables and understand the flow briefly. EBS: In EBS, we have Currency Data stored in GL_DAILY_RATES table. As the name indicates GL_DAILY_RATES EBS table has data at a daily level. However in our warehouse we store the data with a Date Range and insert a new range record only when the Exchange Rate changes for a particular From Currency, To Currency and Rate Type. Below are the main logical steps that we employ in this process. (Incremental Flow only) – Cleanup the data in W_EXCH_RATE_G. Delete the records which have Start Date > minimum conversion date Update the End Date of the existing records. Compress the daily data from GL_DAILY_RATES table into Range Records. Incremental map uses $$XRATE_UPD_NUM_DAY as an extra parameter. Generate Previous Rate, Previous Date and Next Date for each of the Daily record from the OLTP. Filter out the records which have Conversion Rate same as Previous Rates or if the Conversion Date lies within a single day range. Mark the records as ‘Keep’ and ‘Filter’ and also get the final End Date for the single Range record (Unique Combination of From Date, To Date, Rate and Conversion Date). Filter the records marked as ‘Filter’ in the INFA map. The above steps will load W_EXCH_RATE_GS. Step 0 updates/deletes W_EXCH_RATE_G directly. SIL map will then insert/update the GS data into W_EXCH_RATE_G. These steps convert the daily records in GL_DAILY_RATES to Range records in W_EXCH_RATE_G. We do not need such special logic for loading W_GLOBAL_EXCH_RATE_G. This is a table where we store data at a Daily Granular Level. However we need to pivot the data because the data present in multiple rows in source tables needs to be stored in different columns of the same row in DW. We use GROUP BY and CASE logic to achieve this. Fusion: Fusion has extraction logic very similar to EBS. The only difference is that the Cleanup logic that was mentioned in step 0 above does not use $$XRATE_UPD_NUM_DAY parameter. In Fusion we bring all the Exchange Rates in Incremental as well and do the cleanup. The SIL then takes care of Insert/Updates accordingly. PeopleSoft:PeopleSoft does not have From Date and To Date explicitly in the Source tables. Let’s look at an example. Please note that this is achieved from PS1 onwards only. 1 Jan 2010 – USD to INR – 45 31 Jan 2010 – USD to INR – 46 PSFT stores records in above fashion. This means that Exchange Rate of 45 for USD to INR is applicable for 1 Jan 2010 to 30 Jan 2010. We need to store data in this fashion in DW. Also PSFT has Exchange Rate stored as RATE_MULT and RATE_DIV. We need to do a RATE_MULT/RATE_DIV to get the correct Exchange Rate. We generate From Date and To Date while extracting data from source and this has certain assumptions: If a record gets updated/inserted in the source, it will be extracted in incremental. Also if this updated/inserted record is between other dates, then we also extract the preceding and succeeding records (based on dates) of this record. This is required because we need to generate a range record and we have 3 records whose ranges have changed. Taking the same example as above, if there is a new record which gets inserted on 15 Jan 2010; the new ranges are 1 Jan to 14 Jan, 15 Jan to 30 Jan and 31 Jan to Next available date. Even though 1 Jan record and 31 Jan have not changed, we will still extract them because the range is affected. Similar logic is used for Global Exchange Rate Extraction. We create the Range records and get it into a Temporary table. Then we join to Day Dimension, create individual records and pivot the data to get the 5 Global Exchange Rates for each From Currency, Date and Rate Type. Siebel: Siebel Facts are dependent on Global Exchange Rates heavily and almost none of them really use individual Exchange Rates. In other words, W_GLOBAL_EXCH_RATE_G is the main table used in Siebel from PS1 release onwards. As of January 2002, the Euro Triangulation method for converting between currencies belonging to EMU members is not needed for present and future currency exchanges. However, the method is still available in Siebel applications, as are the old currencies, so that historical data can be maintained accurately. The following description applies only to historical data needing conversion prior to the 2002 switch to the Euro for the EMU member countries. If a country is a member of the European Monetary Union (EMU), you should convert its currency to other currencies through the Euro. This is called triangulation, and it is used whenever either currency being converted has EMU Triangulation checked. Due to this, there are multiple extraction flows in SEBL ie. EUR to EMU, EUR to NonEMU, EUR to DMC and so on. We load W_EXCH_RATE_G through multiple flows with these data. This has been kept same as previous versions of OBIA. W_GLOBAL_EXCH_RATE_G being a new table does not have such needs. However SEBL does not have From Date and To Date columns in the Source tables similar to PSFT. We use similar extraction logic as explained in PSFT section for SEBL as well. What if all 5 Global Currencies configured are same? As mentioned in previous sections, from PS1 onwards we store Global Exchange Rates in W_GLOBAL_EXCH_RATE_G table. The extraction logic for this table involves Pivoting data from multiple rows into a single row with 5 Global Exchange Rates in 5 columns. As mentioned in previous sections, we use CASE and GROUP BY functions to achieve this. This approach poses a unique problem when all the 5 Global Currencies Chosen are same. For example – If the user configures all 5 Global Currencies as ‘USD’ then the extract logic will not be able to generate a record for From Currency=USD. This is because, not all Source Systems will have a USD->USD conversion record. We have _Generated mappings to take care of this case. We generate a record with Conversion Rate=1 for such cases. Reusable Lookups Before PS1, we had a Mapplet for Currency Conversions. In PS1, we only have reusable Lookups- LKP_W_EXCH_RATE_G and LKP_W_GLOBAL_EXCH_RATE_G. These lookups have another layer of logic so that all the lookup conditions are met when they are used in various Fact Mappings. Any user who would want to do a LKP on W_EXCH_RATE_G or W_GLOBAL_EXCH_RATE_G should and must use these Lookups. A direct join or Lookup on the tables might lead to wrong data being returned. Changing Currency preferences in the Dashboard: In the 796x series, all amount metrics in OBIA were showing the Global1 amount. The customer needed to change the metric definitions to show them in another Currency preference. Project Analytics started supporting currency preferences since 7.9.6 release though, and it published a Tech note for other module customers to add toggling between currency preferences to the solution. List of Currency Preferences Starting from 11.1.1.x release, the BI Platform added a new feature to support multiple currencies. The new session variable (PREFERRED_CURRENCY) is populated through a newly introduced currency prompt. This prompt can take its values from the xml file: userpref_currencies_OBIA.xml, which is hosted in the BI Server installation folder, under :< home>\instances\instance1\config\OracleBIPresentationServicesComponent\coreapplication_obips1\userpref_currencies.xml This file contains the list of currency preferences, like“Local Currency”, “Global Currency 1”,…which customers can also rename to give them more meaningful business names. There are two options for showing the list of currency preferences to the user in the dashboard: Static and Dynamic. In Static mode, all users will see the full list as in the user preference currencies file. In the Dynamic mode, the list shown in the currency prompt drop down is a result of a dynamic query specified in the same file. Customers can build some security into the rpd, so the list of currency preferences will be based on the user roles…BI Applications built a subject area: “Dynamic Currency Preference” to run this query, and give every user only the list of currency preferences required by his application roles. Adding Currency to an Amount Field When the user selects one of the items from the currency prompt, all the amounts in that page will show in the Currency corresponding to that preference. For example, if the user selects “Global Currency1” from the prompt, all data will be showing in Global Currency 1 as specified in the Configuration Manager. If the user select “Local Currency”, all amount fields will show in the Currency of the Business Unit selected in the BU filter of the same page. If there is no particular Business Unit selected in that filter, and the data selected by the query contains amounts in more than one currency (for example one BU has USD as a functional currency, the other has EUR as functional currency), then subtotals will not be available (cannot add USD and EUR amounts in one field), and depending on the set up (see next paragraph), the user may receive an error. There are two ways to add the Currency field to an amount metric: In the form of currency code, like USD, EUR…For this the user needs to add the field “Apps Common Currency Code” to the report. This field is in every subject area, usually under the table “Currency Tag” or “Currency Code”… In the form of currency symbol ($ for USD, € for EUR,…) For this, the user needs to format the amount metrics in the report as a currency column, by specifying the currency tag column in the Column Properties option in Column Actions drop down list. Typically this column should be the “BI Common Currency Code” available in every subject area. Select Column Properties option in the Edit list of a metric. In the Data Format tab, select Custom as Treat Number As. Enter the following syntax under Custom Number Format: [$:currencyTagColumn=Subjectarea.table.column] Where Column is the “BI Common Currency Code” defined to take the currency code value based on the currency preference chosen by the user in the Currency preference prompt.

  • C#/.NET Little Wonders: ConcurrentBag and BlockingCollection

    In the first week of concurrent collections, began with a general introduction and discussed the ConcurrentStack<T> and ConcurrentQueue<T>.  The last post discussed the ConcurrentDictionary<T> .  Finally this week, we shall close with a discussion of the ConcurrentBag<T> and BlockingCollection<T>. For more of the "Little Wonders" posts, see C#/.NET Little Wonders: A Redux. Recap As you'll recall from the previous posts, the original collections were object-based containers that accomplished synchronization through a Synchronized member.  With the advent of .NET 2.0, the original collections were succeeded by the generic collections which are fully type-safe, but eschew automatic synchronization.  With .NET 4.0, a new breed of collections was born in the System.Collections.Concurrent namespace.  Of these, the final concurrent collection we will examine is the ConcurrentBag and a very useful wrapper class called the BlockingCollection. ConcurrentBag<T> – Thread-safe unordered collection. Unlike the other concurrent collections, the ConcurrentBag<T> has no non-concurrent counterpart in the .NET collections libraries.  Items can be added and removed from a bag just like any other collection, but unlike the other collections, the items are not maintained in any order.  This makes the bag handy for those cases when all you care about is that the data be consumed eventually, without regard for order of consumption or even fairness – that is, it’s possible new items could be consumed before older items given the right circumstances for a period of time. So why would you ever want a container that can be unfair?  Well, to look at it another way, you can use a ConcurrentQueue and get the fairness, but it comes at a cost in that the ordering rules and synchronization required to maintain that ordering can affect scalability a bit.  Thus sometimes the bag is great when you want the fastest way to get the next item to process, and don’t care what item it is or how long its been waiting. The way that the ConcurrentBag works is to take advantage of the new ThreadLocal<T> type (new in System.Threading for .NET 4.0) so that each thread using the bag has a list local to just that thread.  This means that adding or removing to a thread-local list requires very low synchronization.  The problem comes in where a thread goes to consume an item but it’s local list is empty.  In this case the bag performs “work-stealing” where it will rob an item from another thread that has items in its list.  This requires a higher level of synchronization which adds a bit of overhead to the take operation. So, as you can imagine, this makes the ConcurrentBag good for situations where each thread both produces and consumes items from the bag, but it would be less-than-idea in situations where some threads are dedicated producers and the other threads are dedicated consumers because the work-stealing synchronization would outweigh the thread-local optimization for a thread taking its own items. Like the other concurrent collections, there are some curiosities to keep in mind: IsEmpty(), Count, ToArray(), and GetEnumerator() lock collection Each of these needs to take a snapshot of whole bag to determine if empty, thus they tend to be more expensive and cause Add() and Take() operations to block. ToArray() and GetEnumerator() are static snapshots Because it is based on a snapshot, will not show subsequent updates after snapshot. Add() is lightweight Since adding to the thread-local list, there is very little overhead on Add. TryTake() is lightweight if items in thread-local list As long as items are in the thread-local list, TryTake() is very lightweight, much more so than ConcurrentStack() and ConcurrentQueue(), however if the local thread list is empty, it must steal work from another thread, which is more expensive. Remember, a bag is not ideal for all situations, it is mainly ideal for situations where a process consumes an item and either decomposes it into more items to be processed, or handles the item partially and places it back to be processed again until some point when it will complete.  The main point is that the bag works best when each thread both takes and adds items. For example, we could create a totally contrived example where perhaps we want to see the largest power of a number before it crosses a certain threshold.  Yes, obviously we could easily do this with a log function, but bare with me while I use this contrived example for simplicity. So let’s say we have a work function that will take a Tuple out of a bag, this Tuple will contain two ints.  The first int is the original number, and the second int is the last multiple of that number.  So we could load our bag with the initial values (let’s say we want to know the last multiple of each of 2, 3, 5, and 7 under 100. 1: var bag = new ConcurrentBag<Tuple<int, int>> 2: { 3: Tuple.Create(2, 1), 4: Tuple.Create(3, 1), 5: Tuple.Create(5, 1), 6: Tuple.Create(7, 1) 7: }; Then we can create a method that given the bag, will take out an item, apply the multiplier again, 1: public static void FindHighestPowerUnder(ConcurrentBag<Tuple<int,int>> bag, int threshold) 2: { 3: Tuple<int,int> pair; 4:  5: // while there are items to take, this will prefer local first, then steal if no local 6: while (bag.TryTake(out pair)) 7: { 8: // look at next power 9: var result = Math.Pow(pair.Item1, pair.Item2 + 1); 10:  11: if (result < threshold) 12: { 13: // if smaller than threshold bump power by 1 14: bag.Add(Tuple.Create(pair.Item1, pair.Item2 + 1)); 15: } 16: else 17: { 18: // otherwise, we're done 19: Console.WriteLine("Highest power of {0} under {3} is {0}^{1} = {2}.", 20: pair.Item1, pair.Item2, Math.Pow(pair.Item1, pair.Item2), threshold); 21: } 22: } 23: } Now that we have this, we can load up this method as an Action into our Tasks and run it: 1: // create array of tasks, start all, wait for all 2: var tasks = new[] 3: { 4: new Task(() => FindHighestPowerUnder(bag, 100)), 5: new Task(() => FindHighestPowerUnder(bag, 100)), 6: }; 7:  8: Array.ForEach(tasks, t => t.Start()); 9:  10: Task.WaitAll(tasks); Totally contrived, I know, but keep in mind the main point!  When you have a thread or task that operates on an item, and then puts it back for further consumption – or decomposes an item into further sub-items to be processed – you should consider a ConcurrentBag as the thread-local lists will allow for quick processing.  However, if you need ordering or if your processes are dedicated producers or consumers, this collection is not ideal.  As with anything, you should performance test as your mileage will vary depending on your situation! BlockingCollection<T> – A producers & consumers pattern collection The BlockingCollection<T> can be treated like a collection in its own right, but in reality it adds a producers and consumers paradigm to any collection that implements the interface IProducerConsumerCollection<T>.  If you don’t specify one at the time of construction, it will use a ConcurrentQueue<T> as its underlying store. If you don’t want to use the ConcurrentQueue, the ConcurrentStack and ConcurrentBag also implement the interface (though ConcurrentDictionary does not).  In addition, you are of course free to create your own implementation of the interface. So, for those who don’t remember the producers and consumers classical computer-science problem, the gist of it is that you have one (or more) processes that are creating items (producers) and one (or more) processes that are consuming these items (consumers).  Now, the crux of the problem is that there is a bin (queue) where the produced items are placed, and typically that bin has a limited size.  Thus if a producer creates an item, but there is no space to store it, it must wait until an item is consumed.  Also if a consumer goes to consume an item and none exists, it must wait until an item is produced. The BlockingCollection makes it trivial to implement any standard producers/consumers process set by providing that “bin” where the items can be produced into and consumed from with the appropriate blocking operations.  In addition, you can specify whether the bin should have a limited size or can be (theoretically) unbounded, and you can specify timeouts on the blocking operations. As far as your choice of “bin”, for the most part the ConcurrentQueue is the right choice because it is fairly light and maximizes fairness by ordering items so that they are consumed in the same order they are produced.  You can use the concurrent bag or stack, of course, but your ordering would be random-ish in the case of the former and LIFO in the case of the latter. So let’s look at some of the methods of note in BlockingCollection: BoundedCapacity returns capacity of the “bin” If the bin is unbounded, the capacity is int.MaxValue. Count returns an internally-kept count of items This makes it O(1), but if you modify underlying collection directly (not recommended) it is unreliable. CompleteAdding() is used to cut off further adds. This sets IsAddingCompleted and begins to wind down consumers once empty. IsAddingCompleted is true when producers are “done”. Once you are done producing, should complete the add process to alert consumers. IsCompleted is true when producers are “done” and “bin” is empty. Once you mark the producers done, and all items removed, this will be true. Add() is a blocking add to collection. If bin is full, will wait till space frees up Take() is a blocking remove from collection. If bin is empty, will wait until item is produced or adding is completed. GetConsumingEnumerable() is used to iterate and consume items. Unlike the standard enumerator, this one consumes the items instead of iteration. TryAdd() attempts add but does not block completely If adding would block, returns false instead, can specify TimeSpan to wait before stopping. TryTake() attempts to take but does not block completely Like TryAdd(), if taking would block, returns false instead, can specify TimeSpan to wait. Note the use of CompleteAdding() to signal the BlockingCollection that nothing else should be added.  This means that any attempts to TryAdd() or Add() after marked completed will throw an InvalidOperationException.  In addition, once adding is complete you can still continue to TryTake() and Take() until the bin is empty, and then Take() will throw the InvalidOperationException and TryTake() will return false. Also notice that once CompleteAdding() is called and the bin is empty, the IsCompleted property returns true, and the consumers will exit. Summary The ConcurrentBag is an interesting collection that can be used to optimize concurrency scenarios where tasks or threads both produce and consume items.  In this way, it will choose to consume its own work if available, and then steal if not.  However, in situations where you want fair consumption or ordering, or in situations where the producers and consumers are distinct processes, the bag is not optimal. The BlockingCollection is a great wrapper around all of the concurrent queue, stack, and bag that allows you to add producer and consumer semantics easily including waiting when the bin is full or empty.     When I look back at recent blog entries – many of which are not all that current (more on where my available writing time is going later) – I am struck by how many of them focus on public policy or legislative issues instead of, say, the latest nefarious cyberattack or exploit (or everyone’s favorite new pastime: coining terms for the Coming Cyberpocalypse: “digital Pearl Harbor” is so 1941). Speaking of which, I personally hope evil hackers from Malefactoria will someday hack into my bathroom scale – which in a future time will be connected to the Internet because, gosh, wouldn’t it be great to have absolutely everything in your life Internet-enabled? – and recalibrate it so I’m 10 pounds thinner. The horror. In part, my focus on public policy is due to an admitted limitation of my skill set. I enjoy reading technical articles about exploits and cybersecurity trends, but writing a blog entry on those topics would take more research than I have time for and, quite honestly, doesn’t play to my strengths. The first rule of writing is “write what you know.” The bigger contributing factor to my recent paucity of blog entries is that more and more of my waking hours are spent engaging in “thrust and parry” activity involving emerging regulations of some sort or other. I’ve opined in earlier blogs about what constitutes good and reasonable public policy so nobody can accuse me of being reflexively anti-regulation. That said, you have so many cycles in the day, and most of us would rather spend it slaying actual dragons than participating in focus groups on whether dragons are really a problem, whether lassoing them (with organic, sustainable and recyclable lassos) is preferable to slaying them – after all, dragons are people, too - and whether we need lasso compliance auditors to make sure lassos are being used correctly and humanely. (A point that seems to evade many rule makers: slaying dragons actually accomplishes something, whereas talking about “approved dragon slaying procedures and requirements” wastes the time of those who are competent to dispatch actual dragons and who were doing so very well without the input of “dragon-slaying theorists.”) Unfortunately for so many of us who would just get on with doing our day jobs, cybersecurity is rapidly devolving into the “focus groups on dragon dispatching” realm, which actual dragons slayers have little choice but to participate in. The general trend in cybersecurity is that powers-that-be – which encompasses groups other than just legislators – are often increasingly concerned and therefore feel they need to Do Something About Cybersecurity. Many seem to believe that if only we had the right amount of regulation and oversight, there would be no data breaches: a breach simply must mean Someone Is At Fault and Needs Supervision. (Leaving aside the fact that we have lots of home invasions despite a) guard dogs b) liberal carry permits c) alarm systems d) etc.) Also note that many well-managed and security-aware organizations, like the US Department of Defense, still get hacked. More specifically, many powers-that-be feel they must direct industry in a multiplicity of ways, up to and including how we actually build and deploy information technology systems. The more prescriptive the requirement, the more regulators or overseers a) can be seen to be doing something b) feel as if they are doing something regardless of whether they are actually doing something useful or cost effective. Note: an unfortunate concomitant of Doing Something is that often the cure is worse than the ailment. That is, doing what overseers want creates unfortunate byproducts that they either didn’t foresee or worse, don’t care about. After all, the logic goes, we Did Something. Prescriptive practice in the IT industry is problematic for a number of reasons. For a start, prescriptive guidance is really only appropriate if: • It is cost effective• It is “current” (meaning, the guidance doesn’t require the use of the technical equivalent of buggy whips long after horse-drawn transportation has become passé)*• It is practical (that is, pragmatic, proven and effective in the real world, not theoretical and unproven)• It solves the right problem With the above in mind, heading up the list of “you must be joking” regulations are recent disturbing developments in the Payment Card Industry (PCI) world. I’d like to give PCI kahunas the benefit of the doubt about their intentions, except that efforts by Oracle among others to make them aware of “unfortunate side effects of your requirements” – which is as tactful I can be for reasons that I believe will become obvious below - have gone, to-date, unanswered and more importantly, unchanged. A little background on PCI before I get too wound up. In 2008, the Payment Card Industry (PCI) Security Standards Council (SSC) introduced the Payment Application Data Security Standard (PA-DSS). That standard requires vendors of payment applications to ensure that their products implement specific requirements and undergo security assessment procedures. In order to have an application listed as a Validated Payment Application (VPA) and available for use by merchants, software vendors are required to execute the PCI Payment Application Vendor Release Agreement (VRA). (Are you still with me through all the acronyms?) Beginning in August 2010, the VRA imposed new obligations on vendors that are extraordinary and extraordinarily bad, short-sighted and unworkable. Specifically, PCI requires vendors to disclose (dare we say “tell all?”) to PCI any known security vulnerabilities and associated security breaches involving VPAs. ASAP. Think about the impact of that. PCI is asking a vendor to disclose to them: • Specific details of security vulnerabilities • Including exploit information or technical details of the vulnerability • Whether or not there is any mitigation available (as in a patch) PCI, in turn, has the right to blab about any and all of the above – specifically, to distribute all the gory details of what is disclosed - to the PCI SSC, qualified security assessors (QSAs), and any affiliate or agent or adviser of those entities, who are in turn permitted to share it with their respective affiliates, agents, employees, contractors, merchants, processors, service providers and other business partners. This assorted crew can’t be more than, oh, hundreds of thousands of entities. Does anybody believe that several hundred thousand people can keep a secret? Or that several hundred thousand people are all equally trustworthy? Or that not one of the people getting all that information would blab vulnerability details to a bad guy, even by accident? Or be a bad guy who uses the information to break into systems? (Wait, was that the Easter Bunny that just hopped by? Bringing world peace, no doubt.) Sarcasm aside, common sense tells us that telling lots of people a secret is guaranteed to “unsecret” the secret. Notably, being provided details of a vulnerability (without a patch) is of little or no use to companies running the affected application. Few users have the technological sophistication to create a workaround, and even if they do, most workarounds break some other functionality in the application or surrounding environment. Also, given the differences among corporate implementations of any application, it is highly unlikely that a single workaround is going to work for all corporate users. So until a patch is developed by the vendor, users remain at risk of exploit: even more so if the details of vulnerability have been widely shared. Sharing that information widely before a patch is available therefore does not help users, and instead helps only those wanting to exploit known security bugs. There’s a shocker for you. Furthermore, we already know that insider information about security vulnerabilities inevitably leaks, which is why most vendors closely hold such information and limit dissemination until a patch is available (and frequently limit dissemination of technical details even with the release of a patch). That’s the industry norm, not that PCI seems to realize or acknowledge that. Why would anybody release a bunch of highly technical exploit information to a cast of thousands, whose only “vetting” is that they are members of a PCI consortium? Oracle has had personal experience with this problem, which is one reason why information on security vulnerabilities at Oracle is “need to know” (we use our own row level access control to limit access to security bugs in our bug database, and thus less than 1% of development has access to this information), and we don’t provide some customers with more information than others or with vulnerability information and/or patches earlier than others. Failure to remember “insider information always leaks” creates problems in the general case, and has created problems for us specifically. A number of years ago, one of the UK intelligence agencies had information about a non-public security vulnerability in an Oracle product that they circulated among other UK and Commonwealth defense and intelligence entities. Nobody, it should be pointed out, bothered to report the problem to Oracle, even though only Oracle could produce a patch. The vulnerability was finally reported to Oracle by (drum roll) a US-based commercial company, to whom the information had leaked. (Note: every time I tell this story, the MI-whatever agency that created the problem gets a bit shirty with us. I know they meant well and have improved their vulnerability handling/sharing processes but, dudes, next time you find an Oracle vulnerability, try reporting it to us first before blabbing to lots of people who can’t actually fix the problem. Thank you!) Getting back to PCI: clearly, these new disclosure obligations increase the risk of exploitation of a vulnerability in a VPA and thus, of misappropriation of payment card data and customer information that a VPA processes, stores or transmits. It stands to reason that VRA’s current requirement for the widespread distribution of security vulnerability exploit details -- at any time, but particularly before a vendor can issue a patch or a workaround -- is very poor public policy. It effectively publicizes information of great value to potential attackers while not providing compensating benefits - actually, any benefits - to payment card merchants or consumers. In fact, it magnifies the risk to payment card merchants and consumers. The risk is most prominent in the time before a patch has been released, since customers often have little option but to continue using an application or system despite the risks. However, the risk is not limited to the time before a patch is issued: customers often need days, or weeks, to apply patches to systems, based upon the complexity of the issue and dependence on surrounding programs. Rather than decreasing the available window of exploit, this requirement increases the available window of exploit, both as to time available to exploit a vulnerability and the ease with which it can be exploited. Also, why would hackers focus on finding new vulnerabilities to exploit if they can get “EZHack” handed to them in such a manner: a) a vulnerability b) in a payment application c) with exploit code: the “Hacking Trifecta!“ It’s fair to say that this is probably the exact opposite of what PCI – or any of us – would want. Established industry practice concerning vulnerability handling avoids the risks created by the VRA’s vulnerability disclosure requirements. Specifically, the norm is not to release information about a security bug until the associated patch (or a pretty darn good workaround) has been issued. Once a patch is available, the notice to the user community is a high-level communication discussing the product at issue, the level of risk associated with the vulnerability, and how to apply the patch. The notices do not include either the specific customers affected by the vulnerability or forensic reports with maps of the exploit (both of which are required by the current VRA). In this way, customers have the tools they need to prioritize patching and to help prevent an attack, and the information released does not increase the risk of exploit. Furthermore, many vendors already use industry standards for vulnerability description: Common Vulnerability Enumeration (CVE) and Common Vulnerability Scoring System (CVSS). CVE helps ensure that customers know which particular issues a patch addresses and CVSS helps customers determine how severe a vulnerability is on a relative scale. Industry already provides the tools customers need to know what the patch contains and how bad the problem is that the patch remediates. So, what’s a poor vendor to do? Oracle is reaching out to other vendors subject to PCI and attempting to enlist then in a broad effort to engage PCI in rethinking (that is, eradicating) these requirements. I would therefore urge all who care about this issue, but especially those in the vendor community whose applications are subject to PCI and who may not have know they were being asked to tell-all to PCI and put their customers at risk, to do one of the following: • Contact PCI with your concerns• Contact Oracle (we are looking for vendors to sign our statement of concern)• And make sure you tell your customers that you have to rat them out to PCI if there is a breach involving the payment application I like to be charitable and say “PCI meant well” but in as important a public policy issue as what you disclose about vulnerabilities, to whom and when, meaning well isn’t enough. We need to do well. PCI, as regards this particular issue, has not done well, and has compounded the error by thus far being nonresponsive to those of us who have labored mightily to try to explain why they might want to rethink telling the entire planet about security problems with no solutions.   • Using Deployment Manager

    One of the teams at Red Gate has been working very hard on a new product: Deployment Manager. Deployment Manager is a free tool that lets you deploy updates to .NET apps, services and databases through a central dashboard. Deployment Manager has been out for a while, but I must admit that even though I work in the same building, until now I hadn’t even looked at it. My job at Red Gate is to develop and maintain some of our community sites, which involves carrying out regular deployments. One of the projects I have to deploy on a fairly regular basis requires me to send my changes to our build server, TeamCity. The output is a Zip file of the build. I then have to go and find this file, copy it across to the staging machine, extract it, and copy some of the sub-folders to other places. In order to keep track of what builds are running, I need to rename the folders accordingly. However, even after all that, I still need to go and update the site and its applications in IIS to point at these new builds. Oh, and then, I have to repeat the process when I deploy on production. Did I mention the multiple configuration files that then need updating as well? Manually? The whole process can take well over half an hour. I’m ready to try out a new process. Deployment Manager is designed to massively simplify the deployment processes from what could be lots of manual copying of files, managing of configuration files, and database upgrades down to a few clicks. It’s a big promise, but I decided to try out this new tool on one of the smaller ASP.NET sites at Red Gate, Format SQL (the result of a Red Gate Down Tools week). I wanted to add some new functionality, but given it was a new site with no set way of doing things, I was reluctant to have to manually copy files around servers. I decided to use this opportunity as a chance to set the site up on Deployment Manager and check out its functionality. What follows is a guide on how to get set up with Deployment Manager, a brief overview of its features, and what I thought of the experience. To follow along with the instructions that follow, you’ll first need to download Deployment Manager from Red Gate. It has a free ‘Starter Edition’ which allows you to create up to 5 projects and agents (machines you deploy to), so it’s really easy to get up and running with a fully-featured version. The Initial Set Up After installing the product and setting it up using the administration tool it provides, I launched Deployment Manager by going to the URL and port I had set it to run on. This loads up the main dashboard. The dashboard does a good job of guiding me through the process of getting started, beginning with a prompt to create some environments. 1. Setting up Environments The dashboard informed me that I needed to add new ‘Environments’, which are essentially ways of grouping the machines you want to deploy to. The environments that get added will show up on the main dashboard. I set up two such environments for this project: ‘staging’ and ‘live’.   2. Add Target Machines Once I had created the environments, I was ready to add ‘target machine’s to them, which are the actual machines that the deployment will occur on.   To enable me to deploy to a new machine, I needed to download and install an Agent on it. The ‘Add target machine’ form on the ‘Environments’ page helpfully provides a link for downloading an Agent.   Once the agent has been installed, it is just a case of copying the server key to the agent, and the agent key to the server, to link them up.   3. Run Health Check If, after adding your new target machine, the ‘Status’ flags an error, it is possible that the Agent and Server keys have not been entered correctly on both Deployment Manager and the Agent service.     You can ‘Check Health’, which will give you more information on any issues. It is probably worth running this regardless of what status the ‘Environments’ dashboard is claiming, just to be on the safe side.     4. Add Projects Going back to the main Dashboard tab at this point, I found that it was telling me that I needed to set up a new project.   I clicked the ‘project’ link to get started, gave my new project a name and clicked ‘Create’. I was then redirected to the ‘Steps’ page for the project under the Projects tab.   5. Package Steps The ‘Steps’ page was fairly empty when it first loaded.   Adding a ‘step’ allowed me to specify what packages I wanted to grab for the deployment. This part requires a NuGet package feed to be set up, which is where Deployment Manager will look for the packages. At Red Gate, we already have one set up, so I just needed to tell Deployment Manager about it. Don’t worry; there is a nice guide included on how to go about doing all of this on the ‘Package Feeds’ page in ‘Settings’, if you need any help with setting these bits up.    At Red Gate we use a build server, TeamCity, which is capable of publishing built projects to the NuGet feed we use. This makes the workflow for Format SQL relatively simple: when I commit a change to the project, the build server is configured to grab those changes, build the project, and spit out a new NuGet package to the Red Gate NuGet package feed. My ‘package step’, therefore, is set up to look for this package on our feed. The final part of package step was simply specifying which machines from what environments I wanted to be able to deploy the project to.     Format SQL Now the main Dashboard showed my new project and environment in a rather empty looking grid. Clicking on my project presented me with a nice little message telling me that I am now ready to create my first release!   Create a release Next I clicked on the ‘Create release’ button in the Projects tab. If your feeds and package step(s) were set up correctly, then Deployment Manager will automatically grab the latest version of the NuGet package that you want to deploy. As you can see here, it was able to pick up the latest build for Format SQL and all I needed to do was enter a version number and description of the release.   As you can see underneath ‘Version number’, it keeps track of what version the previous release was given. Clicking ‘Create’ created the release and redirected me to a summary of it where I could check the details before deploying.   I clicked ‘Deploy this release’ and chose the environment I wanted to deploy to and…that’s it. Deployment Manager went off and deployed it for me.   Once I clicked ‘Deploy release’, Deployment Manager started to automatically update and provide continuing feedback about the process. If any errors do arise, then I can expand the results to see where it went wrong. That’s it, I’m done! Keep in mind, if you hit errors with the deployment itself then it is possible to view the log output to try and determine where these occurred. You can keep expanding the logs to narrow down the problem. The screenshot below is not from my Format SQL deployment, but I thought I’d post one to demonstrate the logging output available. Features One of the best bits of Deployment Manager for me is the ability to very, very easily deploy the same release to multiple machines. Deploying this same release to production was just a case of selecting the deployment and choosing the ‘live’ environment as the place to deploy to. Following on from this is the fact that, as Deployment Manager keeps track of all of your releases, it is extremely easy to roll back to a previous release if anything goes pear-shaped! You can view all your previous releases and select one to re-deploy. I needed this feature more than once when differences in my production and staging machines lead to some odd behavior.     Another option is to use the TeamCity integration available. This enables you to set Deployment Manager up so that it will automatically create releases and deploy these to an environment directly from TeamCity, meaning that you can always see the latest version up and running without having to do anything. Machine Specific Deployments ‘What about custom configuration files?’ I hear you shout. Certainly, it was one of my concerns. Our setup on the staging machine is not in line with that on production. What this means is that, should we deploy the same configuration to both, one of them is going to break. Thankfully, it turns out that Deployment Manager can deal with this. Given I had environments ‘staging’ and ‘live’, and that staging used the project’s web.config file, while production (‘live’) required the config file to undergo some transformations, I simply added a web.live.config file in the project, so that it would be included as part of the NuGet package. In this file, I wrote the XML document transformations I needed and Deployment Manager took care of the rest. Another option is to set up ‘variables’ for your project, which allow you to specify key-value pairs for your configuration file, and which environment to apply them to. You’ll find Variables as a full left-hand submenu within the ‘Projects’ tab. These features will definitely be of interest if you have a large number of environments! There are still many other features that I didn’t get a chance to play around with like running PowerShell scripts for more personalised deployments. Maybe next time! Also, let’s not forget that my use case in this article is a very simple one – deploying a single package. I don’t believe that all projects will be equally as simple, but I already appreciate how much easier Deployment Manager could make my life. I look forward to the possibility of moving our other sites over to Deployment Manager in the near future.   Conclusion In this article I have described the steps involved in setting up and configuring an instance of Deployment Manager, creating a new automated deployment process, and using this to actually carry out a deployment. I’ve tried to mention some of the features I found particularly useful, such as error logging, easy release management allowing you to deploy the same release multiple times, and configuration file transformations. If I had to point out one issue, then it would be that the releases are immutable, which from a development point of view makes sense. However, this causes confusion where I have to create a new release to deploy to a newly set up environment – I cannot simply deploy an old release onto a new environment, the whole release needs to be recreated. I really liked how easy it was to get going with the product. Setting up Format SQL and making a first deployment took very little time. Especially when you compare it to how long it takes me to manually deploy the other site, as I described earlier. I liked how it let me know what I needed to do next, with little messages flagging up that I needed to ‘create environments’ or ‘add some deployment steps’ before I could continue. I found the dashboard incredibly convenient. As the number of projects and environments increase, it might become awkward to try and search them and find out what state they are in. Instead, the dashboard handily keeps track of the latest deployments of each project and lets you know what version is running on each of the environments, and when that deployment occurred. Finally, do you remember my complaint about having to rename folders so that I could keep track of what build they came from? This is yet another thing that Deployment Manager takes care of for you. Each release is put into its own directory, which takes the name of whatever version number that release has, though these can be customised if necessary.   • Project Management Helps AmeriCares Deliver International Aid

On a mission to restore health and save lives during times of disaster, the nonprofit international relief and humanitarian aid organization delivers donated medicines, medical supplies, and humanitarian aid to people in the U.S. and around the globe. Founded in 1982 with the express mission of responding as quickly and efficiently as possible to help people in need, the Stamford, Connecticut-based AmeriCares has delivered more than US$10.5 billion in aid to 147 countries over the past three decades. Launch the Slideshow “It’s critically important to us that we steward all the donations and that the medical supplies and medicines get to people as quickly as possible with no loss,” says Kate Sears, senior vice president for finance and technology at AmeriCares. “Whether we’re shipping IV solutions to victims of cholera in Haiti or antibiotics to Somali famine victims, we need to get the medicines there sooner because it means more people will be helped and lives improved or even saved.” Ten years ago, the tracking systems used by AmeriCares associates were paper-based. In recent years, staff started using spreadsheets, but the tracking processes were not standardized between teams. “Every team was tracking completely different information,” says Megan McDermott, senior associate, Sub-Saharan Africa partnerships, at AmeriCares. “It was just a few key things. For example, we tracked the date a shipment was supposed to arrive and the date we got reports from our partner that a hospital received aid on their end.” While the data was accurate, much detail was being lost in the process. AmeriCares management knew it could do a better job of tracking this enterprise data and in 2011 took a significant step by implementing Oracle’s Primavera P6 Professional Project Management. “It’s a comprehensive solution that has helped us improve the monitoring and controlling processes. It has allowed us to do our distribution better,” says Sears. In addition, the implementation effort has been a change agent, helping AmeriCares leadership rethink project management across the entire organization. Initially, much of the focus was on standardizing processes, but staff members also learned the importance of thinking proactively to prevent possible problems and evaluating results to determine if goals and objectives are truly being met. Such data about process efficiency and overall results is critical not only to AmeriCares staff but also to the donors supporting the organization’s life-saving missions. Efficiency Saves Lives One of AmeriCares’ core operations is to gather product donations from the private sector, establish where the most-urgent needs are, and solicit monetary support to send the aid via ocean cargo or airlift to welfare- and health-oriented nongovernmental organizations, hospitals, health networks, and government ministries based in areas in need. In 2011 alone, AmeriCares sent more than 3,500 shipments to 95 countries in response to both ongoing humanitarian needs and more than two dozen emergencies, including deadly tornadoes and storms in the U.S. and the devastating tsunami in Japan. When it comes to nonprofits in general, donors want to know that the charitable organizations they support are using funds wisely. Typically, nonprofits are evaluated by donors in terms of efficiency, an area where AmeriCares has an excellent reputation: 98 percent of expenses go directly to supporting programs and less than 2 percent represent administrative and fundraising costs. Donors, however, should look at more than simple efficiency, says Peter York, senior partner and chief research and learning officer at TCC Group, a nonprofit consultancy headquartered in New York, New York. They should also look at whether organizations have the systems in place to sustain their missions and continue to thrive. An expert on nonprofit organizational management, York has spent years studying sustainable charitable organizations. He defines them as nonprofits that are able to achieve the ongoing financial support to stay relevant and continue doing core mission work. In his analysis of well over 2,500 larger nonprofits, York has found that many are not sustaining, and are actually scaling back in size. “One of the biggest challenges of nonprofit sustainability is the general public’s perception that every dollar donated has to go only to the delivery of service,” says York. “What our data shows is that there are some fundamental capacities that have to be there in order for organizations to sustain and grow.” York’s research highlights the importance of data-driven leadership at successful nonprofits. “You’ve got to have the tools, the systems, and the technologies to get objective information on what you do, the people you serve, and the results you’re achieving,” says York. “If leaders don’t have the knowledge and the data, they can’t make the strategic decisions about programs to take organizations to the next level.” Historically, AmeriCares associates have used time-tested and cost-effective strategies to ship and then track supplies from donation to delivery to their destinations in designated time frames. When disaster strikes, AmeriCares ships by air and generally pulls out all the stops to deliver the most urgently needed aid within the first few days and weeks. Then, as situations stabilize, AmeriCares turns to delivering sea containers for the postemergency and ongoing aid so often needed over the long term. According to McDermott, getting a shipment out the door is fairly complicated, requiring as many as five different AmeriCares teams collaborating together. The entire process can take months—from when products are received in the warehouse and deciding which recipients to allocate supplies to, to getting customs and governmental approvals in place, actually shipping products, and finally ensuring that the products are received in-country. Delivering that aid is no small affair. “Our volume exceeds half a billion dollars a year worth of donated medicines and medical supplies, so it’s a sizable logistical operation to bring these products in and get them out to the right place quickly to have the most impact,” says Sears. “We really pride ourselves on our controls and efficiencies.” Adding to that complexity is the fact that the longer it takes to deliver aid, the more dire the human need can be. Any time AmeriCares associates can shave off the complicated aid delivery process can translate into lives saved. “It’s really being able to track information consistently that will help us to see where are the bottlenecks and where can we work on improving our processes,” says McDermott. Setting a Standard Productivity and information management improvements were key objectives for AmeriCares when staff began the process of implementing Oracle’s Primavera solution. But before configuring the software, the staff needed to take the time to analyze the systems already in place. According to Greg Loop, manager of database systems at AmeriCares, the organization received guidance from several consultants, including Rich D’Addario, consulting project manager in the Primavera Global Business Unit at Oracle, who was instrumental in shepherding the critical requirements-gathering phase. D’Addario encouraged staff to begin documenting shipping processes by considering the order in which activities occur and which ones are dependent on others to get accomplished. This exercise helped everyone realize that to be more efficient, they needed to keep track of shipments in a more standard way. “The staff didn’t recognize formal project management methodology,” says D’Addario. “But they did understand what the most important things are and that if they go wrong, an entire project can go off course.” Before, if a boatload of supplies was being sent to Haiti and there was a problem somewhere, a lot of time was taken up finding out where the problem was—because staff was not tracking things in a standard way. As a result, even more time was needed to find possible solutions to the problem and alert recipients that the aid might be delayed. “For everyone to put on the project manager hat and standardize the way every single thing is done means that now the whole organization is on the same page as to what needs to occur from the time a hurricane hits Haiti and when a boat pulls in to unload supplies,” says D’Addario. With so much care taken to put a process foundation firmly in place, configuring the Primavera solution was actually quite simple. Specific templates were set up for different types of shipments, and dashboards were implemented to provide executives with clear overviews of every project in the system. AmeriCares’ Loop reports that system planning, refining, and testing, followed by writing up documentation and training, took approximately four months. The system went live in spring 2011 at AmeriCares’ Connecticut headquarters. While the nonprofit has an international presence, with warehouses in Europe and offices in Haiti, India, Japan, and Sri Lanka, most donated medicines come from U.S. entities and are shipped from the U.S. out to the rest of the world. In addition, all shipments are tracked from the U.S. office. AmeriCares doesn’t expect the Primavera system to take months off the shipping time, especially for sea containers. However, any time saved is still important because it will allow aid to be delivered to people more quickly at a lower overall cost. “If we can trim a day or two here or there, that can translate into lives that we’re saving, especially in emergency situations,” says Sears. A Cultural Change Beyond the measurable benefits that come with IT-driven process improvement, AmeriCares management is seeing a change in culture as a result of the Primavera project. One change has been treating every shipment of aid as a project, and everyone involved with facilitating shipments as a project manager. “This is a revolutionary concept for us,” says McDermott. “Before, we were used to thinking we were doing logistics—getting a container from point A to point B without looking at it as one project and really understanding what it meant to manage it.” AmeriCares staff is also happy to report that collaboration within the organization is much more efficient. When someone creates a shipment in the Primavera system, the same shared template is used, which means anyone can log in to the system to see the status of a shipment. Knowledgeable staff can access a shipment project to help troubleshoot a problem. Management can easily check the status of projects across the organization. “Dashboards are really useful,” says McDermott. “Instead of going into the details of each project, you can just see the high-level real-time information at a glance.” The new system is helping team members focus on proactively managing shipments rather than simply reacting when problems occur. For example, when a container is shipped, documents must be included for customs clearance. Now, the shipping template has built-in reminders to prompt team members to ask for copies of these documents from freight forwarders and to follow up with partners to discover if a shipment is on time. In the past, staff may not have worked on securing these documents until they’d been notified a shipment had arrived in-country. Another benefit of capturing and adopting best practices within the Primavera system is that staff training is easier. “Capturing the processes in documented steps and milestones allows us to teach new staff members how to do their jobs faster,” says Sears. “It provides them with the knowledge of their predecessors so they don’t have to keep reinventing the wheel.” With the Primavera system already generating positive results, management is eager to take advantage of advanced capabilities. Loop is working on integrating the company’s proprietary inventory management system with the Primavera system so that when logistics or warehousing operators input data, the information will automatically go into the Primavera system. In the past, this information had to be manually keyed into spreadsheets, often leading to errors. Mining Historical Data Another feature on the horizon for AmeriCares is utilizing Primavera P6 Professional Project Management reporting capabilities. As the system begins to include more historical data, management soon will be able to draw on this information to conduct analysis that has not been possible before and create customized reports. For example, at the beginning of the shipment process, staff will be able to use historical data to more accurately estimate how long the approval process should take for a particular country. This could help ensure that food and medicine with limited shelf lives do not get stuck in customs or used beyond their expiration dates. The historical data in the Primavera system will also help AmeriCares with better planning year to year. The nonprofit’s staff has always put together a plan at the beginning of the year, but this has been very challenging simply because it is impossible to predict disasters. Now, management will be able to look at historical data and see trends and statistics as they set current objectives and prepare for future need. In addition, this historical data will provide AmeriCares management with the ability to review year-end data and compare actual project results with goals set at the beginning of the year—to see if desired outcomes were achieved and if there are areas that need improvement. It’s this type of information that is so valuable to donors. And, according to York, project management software can play a critical role in generating the data to help nonprofits sustain and grow. “It is important to invest in systems to help replicate, expand, and deliver services,” says York. “Project management software can help because it encourages nonprofits to examine program or service changes and how to manage moving forward.” Sears believes that AmeriCares donors will support the return on investment the organization will achieve with the Primavera solution. “It won’t be financial returns, but rather how many more people we can help for a given dollar or how much more quickly we can respond to a need,” says Sears. “I think donors are receptive to such arguments.” And for AmeriCares, it is all about the future and increasing results. The project management environment currently may be quite simple, but IT staff plans to expand the complexity and functionality as the organization grows in its knowledge of project management and the goals it wants to achieve. “As we use the system over time, we’ll continue to refine our best practices and accumulate more data,” says Sears. “It will advance our ability to make better data-driven decisions.”

I found a question with a suitable answer (How to use a FolderBrowserDialog from a WPF application), except I'm using MVVM. This was the answer I "implemented", except I can't get the window object and I'm just calling ShowDialog() without any parameters. The problem is this: var dlg = new FolderBrowserDialog(); System.Windows.Forms.DialogResult result = dlg.ShowDialog(this.GetIWin32Window()); In my ViewModel there the this has no GetIWin32Window() method for me to get the Window context. Any ideas on how to make this work?

For completeness, it is possible to recreate the scenario very easily: Create a new MVC web app. Run it up. Visit the About tab Modify the URL to read /Home/About/Flib - This obviously takes you to the action with an id of 'Flib' which we don't care about. Notice that the top menu link to About now actually links to /Home/About/Flib - this is wrong as far as I can see, as I now have absolutely no way of using site links to get back to /Home/About I really don't understand why I should be forced to modify all of my Html.ActionLinks to include new { id = string.Empty } for the routevalues and null for the htmlAttribs. This seems especially out of whack because I already specify id = 0 as part of the route itself. Hopefully I'm missing a trick here.

I don't care about the consistency of reads from t2 when doing an insert .. select and want to set the transaction isolation level to READ_UNCOMMITTED. How do I go about setting it in JPA backed by Hibernate?

  • Facebook FQL - How do I fetch the posts I made to a friend's wall

    I have a facebook desktop app with some test users all having granted the stream_read & offline access permissions. I can easily retrieve posts to each users' stream & profile. What I cannot do easily is retrieve posts that a user has made to one of their friend's walls. In fact, this used to work with a rather complex multiquery, but has stopped working now, or is working only intermittently... Does anyone care to share their method if one exists or discuss what restrictions there might be to this type of complex querying?
