• Data Masking Pack 12.1.0.3 Certified with E-Business Suite 12.1.3

- by Elke Phelps (Oracle Development)
I'm pleased to announce the certification of the E-Business Suite 12.1.3 Data Masking Template for the Data Masking Pack with Enterprise Manager Cloud Control 12.1.0.3. You can use the Oracle Data Masking Pack with Oracle Enterprise Manager Grid Control 12c to scramble sensitive data in cloned E-Business Suite environments. You may scramble data in E-Business Suite cloned environments with EM12.1.0.3 using the following template: E-Business Suite 12.1.3 Data Masking Template for Data Masking Pack with EM12c (Patch 18462641) What does data masking do in E-Business Suite environments? Application data masking does the following: De-identify the data: Scramble identifiers of individuals, also known as personally identifiable information or PII. Examples include information such as name, account, address, location, and driver's license number. Mask sensitive data: Mask data that, if associated with personally identifiable information (PII), would cause privacy concerns. Examples include compensation, health and employment information. Maintain data validity: Provide a fully functional application. How can EBS customers use data masking? The Oracle E-Business Suite Template for Data Masking Pack can be used in situations where confidential or regulated data needs to be shared with other non-production users who need access to some of the original data, but not necessarily every table. Examples of non-production users include internal application developers or external business partners such as offshore testing companies, suppliers or customers. Due to data dependencies, scrambling E-Business Suite data is not a trivial task. The data needs to be scrubbed in such a way that allows the application to continue to function. The template works with the Oracle Data Masking Pack and Oracle Enterprise Manager to obscure sensitive E-Business Suite information that is copied from production to non-production environments. The Oracle E-Business Suite Template for Data Masking Pack is applied to a non-production environment with the Enterprise Manager Grid Control Data Masking Pack. When applied, the Oracle E-Business Suite Template for Data Masking Pack will create an irreversibly scrambled version of your production database for development and testing. Is there a charge for this? Yes. You must purchase licenses for the Oracle Data Masking Pack to use the Oracle E-Business Suite 12.1.3 template. The Oracle E-Business Suite 12.1.3 Template for the Data Masking Pack is included with the Oracle Data Masking Pack license. You can contact your Oracle account manager for more details about licensing. • AutoVue at the Oracle Asset Lifecycle Management Summit

- by celine.beck
I recently had the opportunity to attend and present the integration between AutoVue and Primavera P6 during the Oracle ALM Summit, which was held in March at Redwood Shores, on Oracle Headquarters grounds. The ALM Summit brought together over 300 Oracle maintenance practitioners who endured the foggy and rainy San Francisco weather to attend the 4th edition of this Oracle-driven conference. Attendees have roles in maintenance management and IT. Following a general session, Ralph Rio from ARC Advisory Group provided a very interesting keynote session discussing Asset Management directions, both in the short and long run. An interesting point that Ralph raised is that most organizations have done a good job at improving performance at the design / build, operate and maintain and portfolio management phases by leveraging solutions like Asset Lifecycle Management and Project & Portfolio management solutions; however, there seem to be room for improvement in between those phases, when information flows from one group to the other, during the data handover phase or when time comes to update / modify drawings to reflect the reality of physical assets. This is where AutoVue comes into play. By integrating with enterprise applications like content management systems, asset lifecycle management applications and project management solutions, AutoVue can be a real-process enabler, streamlining information flows from concept/design to decommissioning and ensuring that all project stakeholders have access to asset information and engineering data throughout the asset lifecycle. AutoVue's built-in digital annotation capabilities allows maintenance workers and technicians to report changes in configuration and visually capture the delta between as-built and as-maintained versions of asset documents. This information can then be easily handed over to engineers who can identify changes and incorporate these modifications into the drawings during the next round of document revisions. PPL Power Generation, an electric utilities headquarted in Allentown, Pennsylvania discussed this usage of AutoVue during an interesting Webcast around AutoVue's role in the Utilities space. After the keynote sessions, participants broke off into product-centric tracks around Oracle's Asset Lifecycle Management solutions (E-Business Suite, PeopleSoft, and JD Edwards). The second day of the conference was the occasion for us to present the integration between AutoVue and Primavera P6 to the Maintenance Summit audience. The presentation was a great success and generated much discussion with partners and customers during breaks. People seemed highly interested in learning more about our plans for integrating AutoVue and Primavera P6 with Oracle's ALM solutions...stay tune for further information on the subject!

• The Minimalist Approach to Content Governance - Retire Phase

- by Kellsey Ruppel
Originally posted by John Brunswick. Good news - the Retire Phase is actually more fun than the Manage Phase. During the Retire Phase our content management team should not have to track down content creators if the Request Phase of this process was completed successfully. The ownership meta data, success criteria and time stamp that was applied to the original content submission will help to manage content at the end of the content life cycle. The Retire Phase will provide the opportunity for us to prune irrelevant content items through archiving or deletion, keeping the content system clear of irrelevant information, streamlining users ability to browse and search for content. 1. Act on Metrics Established during the Request Phase Why - Some information is only relevant for a given amount of time. In Content Platform Migration Strategy - Artifacts vs Perishable Content we examined two content types - Artifacts and Perishable content. Understanding the differences between Artifacts and Perishable content will allow us to explicitly respect their various lifespans. Additionally, some content may have been part of a project that failed to meet the success criteria outlined in the Request Phase. Any content that did not meet the metrics outlined in the Request Phase should be considered for deletion. How - Thankfully by adhering to to The Minimalist Approach to Content Governance our content should have some level of meta data associated with it that will allow us to quickly sort and understand how to deal with it. Content Management Systems like Oracle's Universal Content Management (UCM) natively allow you to create and save advanced searches that can use content meta data like folders, author, expiration date, security settings and custom meta data to pull back listings of content for examination. Additionally, analytics are available for all content items that allow us to determine if the usage is meeting success criteria that may have been previously outlined during the request phase. The lists that are produced from these approaches can be quickly reviewed for each project with the content owners and based on the nature of the content and success criteria undergo archiving or deletion. Impact - Retiring content that is no longer relevant will allow end users to have fast and relevant access to information across your enterprise. As we mentioned in our first post in this series - it is easy to quickly start producing content, but the challenge is ensuring that the environment is easy to navigate and use on the third week and during the third year. The light level of effort that was placed into the Request Phase of this process will set us up to keep content clean and relevant for a long time to come. With an up-to-date content repository users will be able to quickly find access to the information that is critical to their work processes. You might not get a holiday named in your honor managing the content system, but will appreciate their quick access to quality information.

• Introducing the Oracle MDM Blog - Why All MDM Solutions Aren't Equal

- by ken.pulverman
Welcome to the Oracle MDM Blog. Dave Butler, Tony Ouk, and myself - Ken Pulverman, will be bringing you news and information from the world of MDM at Oracle. Dave is our resident expert with more than 30 years of experience in data and information management. Tony has deep expertise in our Exadata product line which provides a strong hardware synergy with MDM. I come from Siebel Systems where I helped found the team that built our integration product line and then our Universal Customer Master with is part of our MDM offering at Oracle. I thought I'd hit the ground running with a topic we are going to want to continue to bend your ear about. We had a recent meeting with Ford Goodman, our head of MDM commercial sales in the US and he was very fired up about and important topic. He's irked that all MDM solutions get painted with the same brush even though they aren't the same at all. There are companies out there trying to represent frameworks and toolkits as out of the box solutions. They give you the pleasure (read pain) of doing things like developing your own multi-application data model, building your own web services, or creating your own APIs. Huh? What gets sold as flexibility in reality is a barrier to ever going live. At Siebel Systems we obsessed over the notion of a customer. Our data model took over 10 years to perfect as defining a customer is a very complex task indeed. There are divisions, subsidiaries, branches, acquisitions, sites etc., etc., etc.. You'll want to do your homework, but trust me - you aren't going to want to take the time or resource to build these canonical data structures yourself. And what about APIs? Again, it sounds flexible. In reality it's a lot of work. Our DNA at Oracle is to reduce the cost of information technology so we pre-integrate our technology with all of our major applications and pre-build integrations and connectors for all the major systems you work with. This is tedious work that requires detailed knowledge of the interfaces of all the applications involved. It is also version specific as the interface features and technology are always changing. We have a substantial organization to manage this complexity so you don't have to. Suffice to say, we'd like to help our customers peel back the rhetoric of companies that fly the MDM flag without a real offering that you can quickly benefit from. Please watch this space for more information on this storyline as well as news and information around Oracle MDM.

• July, the 31 Days of SQL Server DMO’s – Day 24 (sys.dm_db_index_operational_stats)

- by Tamarick Hill
The sys.dm_db_index_operational_stats Dynamic Management Function returns information about the IO, locking, and access methods for the indexes that you currently have on your SQL Server Instance. This function takes four input parameters which are (1) database_id, (2) object_id, (3) index_id, and (4) partition_number. Let’s have a look at the results from this function against our AdventureWorks2012 database. This function returns a ton of columns, so not only will I not attempt to describe each of the columns, I wont even attempt to display all of them here. My query below will give you a subset of the columns returned from this function. SELECT database_id, object_id, index_id, partition_number, leaf_insert_count, leaf_delete_count, leaf_update_count, leaf_ghost_count, nonleaf_insert_count, nonleaf_delete_count, nonleaf_update_count, range_scan_count, forwarded_fetch_count, row_lock_count, row_lock_wait_count, page_lock_count, page_lock_wait_count, Index_lock_promotion_attempt_count, index_lock_promotion_count, page_compression_attempt_count, page_compression_success_count FROM sys.dm_db_index_operational_stats(db_id('AdventureWorks2012'), NULL, NULL, NULL) The first four columns in the result set represent the values that we passed in as our input parameters. If you use NULL’s as I did, then you will see results for every index on your system. I specified a database_id so my result set only shows those records pertaining to my AdventureWorks2012 database. The next columns in the result set provide you with information on how may inserts, deletes, or updates that have taken place on your leaf and nonleaf index levels. The nonleaf levels would refer to the intermediate and root index levels. In the middle of these you see a leaf_ghost_count column, which represents the number of records that have been logically deleted and marked as “ghosted” and are waiting on the background ghost cleanup process to physically remove them. The range_scan_count column represents the number of range or table scans that have been performed against an index. The forwarded_fetch_count column represents the number of rows that were returned from a forwarding row pointer. The row_lock_count and row_lock_wait_count represent the number of row locks that have been requested for an index and the number of times SQL has had to wait on a row lock respectively. The page_lock_count and page_lock_wait_count represent the number of page locks that have been requested for an index and the number of times SQL has had to wait on a page lock respectively. The index_lock_promotion_attempt_count represents the number of times the database engine has attempted to promote a lock to the index level. The index_lock_promotion_count column displays how many times that index lock promotion was successful. Lastly the page_compression_attempt_count and page_compression_success_count represents how many times a page was attempted to be compressed and how many times the attempt was successful. As you can see there is a ton of information returned from this DMV. The DMV we reviewed on yesterday (sys.dm_db_index_usage_stats) provided you with good information on when and how indexes have been used, but this DMF takes an even deeper dive into these statistics. If you are interested in performing a very detailed analysis on the operational stats of your indexes, this is not only a good place to start, but more than likely the best place. • Overview of getting and setting the URL and parts of the URL using angularjs and/or Javascript

- by Sandy Good
Getting and Setting the URL, and different parts of the URL are a basic part of Application Design. For Page Navigation Deep Linking Providing a link to the user Querying Data Passing information to other pages Both angularjs and javascript provide ways to get/set the URL and parts of the URL. I'm looking for the following information: Situation: Show a simple URL in the browser address bar to the user Provide a more detailed URL with string parameters to the page that the user will not see. In other words, two different URLs will be used, one simple one that the user sees in the browser, a more detailed one available to the page on load. Get URL info with PHP when then page intially loads, both don't reload the PHP page when the user needs more detailed info that is already loaded but not displayed yet. Set the URL with a more detailed URL for deep linking as the user drills down to more specific information. Get URL info in a controller or JavaSript when angularjs detects a change in the URL with routing. Hash or Query String or Both? Should I use a hash # in the URL, a string ?= or both? Here is what I currently know and what I want: A Query String HTTP:\\www.name.com?mykey=itemID will prevent angularjs from reloading the page. So, I can change the URL by adding/changing the string at the end, thereby providing new info to the page, and keep the page from reloading. I can change the URL and force a page reload with: window.location.href = "#Store/" + argUserPubId + "?itemID=home"; If home is the itemID string, I want code to simply load the page, and not display more detailed information. If there is a real itemID in the URL query string, I want the code to display the more detailed information. Code from angularjs will run either from the controller specified in the routing, or a controller specified in the HTML, or both. The angularjs code specified in the routing seems to run first, before the code specified in the HTML. A different URL for the page can be used in angularjs templateURL: than the URL that was sent to the browser address bar. when('/Store/:StoreId', { templateUrl: function(params){return 'Client_Pages/Stores.php?storeID=' + params.StoreId;}, controller: 'storeParseData' }). The above code detects http:\\www.name.com\Store\StoreID in the browser, but SENDS http:\\www.name.com\Client_Pages/Stores.php?storeID=StoreID to the page. In the above code, a function is used for the angularjs routing templateURL: to dynamically set the templateURL. So, when the user clicks something to see details of an item, how should I configure the URL? Should I use angularjs $location or window.location.href ? Should I use a longer URL with more parameters, a hash bang, or a query string? Should I use: http:\\www.name.com\Store\StoreID\ItemID or http:\\www.name.com\Store\StoreID#ItemID or http:\\www.name.com\Store\StoreID?ItemID or http:\\www.name.com\Store#StoreID?ItemID or Something else?

• 2 Servers 1 Database - Can I use Redis?

- by Aust
Ok I have a couple of questions here. First let me give you some background information. I'm starting a project where I have a node.js server running my application and my website running on another normal server. My application will allow multiple users simultaneous connections and updates to the database so Redis seemed like a good fit there because of its speed and atomic functions. For someone to access my application they have to login with an account. To get an account, they have to signup for one through my website. So my website needs a database, but its not important to have a database like Redis here because it doesn't need it. Which leads me to my first question: 1. Can Redis even be used without node.js? It seems like it would be convenient if both of my servers were using the same database to keep track of information. In some cases, they will keep track of the same information (as in user information) and in other cases, they will be keeping track of separate information. So even if the website wouldn't be taking full advantage of all that Redis has to offer it seems like it would be more convenient. So assuming Redis could be used in this situation that leads to my next question: 2. Since Redis is linked with JavaScript, how would I handle the security from my website users? What would be stopping my website users from opening firebug or chrome's inspector and making changes to the database? Maybe if I designed my site with the layout like this: apply.php-update.php-home.php. Where after they submitted their form it would redirect them to the update page where the JavaScript would run and then redirect them after the database updated to the home page. I don't really know I'm just taking shots in the dark at this point. :) Maybe a better alternative would be to have my node.js application access its own Redis database and also have access to another MySQL database that my website also has access to. Or maybe there is another database that would be better suited for this situation other than Redis. Anyways any direction on this matter would be greatly appreciated. :)

• Do I need to contact a lawyer to report a GPL violation in software distributed on Apple's App Store?

- by Rinzwind
Some company is selling software through Apple's App Store which uses portions of code that I released publicly under the GPL. The company is violating the licensing terms in two ways, by (1) not preserving my copyright statement, and not releasing their code under the GPL license and (2) by distributing my GPL-licensed code through Apple's App Store. (The Free Software Foundation has made clear that the terms of the GPL and those of the App Store are incompatible.) I want to report this to Apple, and ask that they take appropriate action. I have tried mailing them to ask for more information about the reporting process, and have received the automated reply quoted below. The last point in the list of things one needs to provide, the “a statement by you, made under penalty of perjury,” sounds as if they mean some kind of specific legal document. I'm not sure. Does this mean I need to contact a lawyer just to file the report? I'd like to avoid going through that hassle if at all possible. (Besides an answer to this specific question, I'd welcome comments and experience reports from anyone who has already had to deal with a GPL violation on Apple's App Store.) Thank you for contacting Apple's Copyright Agent. If you believe that your work has been copied in a way that constitutes infringement on Apple’s Web site, please provide the following information: an electronic or physical signature of the person authorized to act on behalf of the owner of the copyright interest; a description of the copyrighted work that you claim has been infringed; a description of where the material that you claim is infringing is located on the site; your address, telephone number, and email address; a statement by you that you have a good faith belief that the disputed use is not authorized by the copyright owner, its agent, or the law; a statement by you, made under penalty of perjury, that the above information in your Notice is accurate and that you are the copyright owner or authorized to act on the copyright owner’s behalf. For further information, please review Apple's Legal Information & Notices/Claims of Copyright Infringement at: http://www.apple.com/legal/trademark/claimsofcopyright.html To expedite the processing of your claim regarding any alleged intellectual property issues related to iTunes (music/music videos, podcasts, TV, Movies), please send a copy of your notice to [email protected] For claims concerning a software application, please send a copy of your notice to [email protected]. Due to the high volume of e-mails we receive, this may be the only reply you receive from [email protected]. Please be assured, however, that Apple's Copyright Agent and/or the iTunes Legal Team will promptly investigate and take appropriate action concerning your report.

• Oracle WebCenter: Composite Applications & Mash-Ups

- by kellsey.ruppel(at)oracle.com
We’ve talked in previous weeks about the key goals of the new release of WebCenter are providing a Modern User Experience, unparalleled Application Integration, converging all the best of the existing portal platforms into WebCenter and delivering a Common User Experience Architecture. We’ve provided an overview of Oracle WebCenter and discussed some of the other key goals in previous weeks, and this week, we’ll focus on how with the new release of Oracle WebCenter you can create composite applications and mashups. We recently talked with Sachin Agarwal, Director of Product Management of Enterprise 2.0 at Oracle around the topic of Composite Applications and Mashups. Oracle WebCenter provides a rich set of tools and capabilities for pulling in content, applications and collaboration functionality from various different sources and weaving them together into what we call Mashups. Mashups that also consists of transactional applications from multiple sources are specifically called Composite Applications. With the latest release of Oracle WebCenter one can develop highly productive tasked based interfaces that aggregate a related set of applications that are part of a business process and provide in context collaboration tools so that users don’t have to navigate away to different tabs to achieve these tasks. For instance, a call center representative (CSR), not only needs to be able to pull customer information from a CRM application like Siebel, but also related information from Oracle E-Business Suite about whether a specific order has shipped. The CSR will be far more efficient if he or she does not have to open different tabs to login into multiple applications while the customer is waiting, but can access all this information in one mashup.Oracle WebCenter Suite provides a comprehensive set of tooling that enables a business user to quickly aggregate together a mashup and wire-in different backend applications to create a custom dashboard. Not only does Oracle WebCenter supports a wide set of standards (WSRP 1.0, 2.0, JSR 168, JSR 286) that allow portlets from other applications to be surfaced within WebCenter, but it also provides tools to bring in other web applications such as .Net Applications as well as SharePoint webparts. The new Business Mash-up editor allows business users to take any Oracle Application or 3rd party application and wire the backend data sources or APIs to a rich set of visualizations and reuse them in mashups. Moreover, Business users can customize or personalize any page using Oracle WebCenter Composer’s on-the-fly visual page editing features. Users access and select different resource components available in Oracle WebCenter’s Business Dictionary in order to add new content to the page. The Business Dictionary provides a role-based view of available components or resources, and these components can include information from a variety of enterprise resources such as enterprise applications, managed content, rich media, business processes, or business intelligence systems. Together, Oracle WebCenter’s Composer and Business Dictionary give users access to a powerful, yet easy to use, set of tools to personalize and extend their Oracle WebCenter portals and applications without involving IT.Keep checking back this week as we share more information on how you can easily create Commposite Applications and Mashups with Oracle WebCenter .Technorati Tags: UXP, collaboration, enterprise 2.0, modern user experience, oracle, portals, webcenter, applications, mashups, composite applications

• Where Are You on the Visualization Maturity Curve?

- by Celine Beck
The old phrase “A picture is worth a thousand words” is as true now as ever. Providing the right users with access to the right product data, at the right time, can provide significant benefits to a business. This is especially evident with increasing technical and product complexities, elongated supply chains, and growing pressure to bring innovative products to market faster. With this in mind, it is easy to understand why visualization is an integral part of any successful product lifecycle management (PLM) strategy. At a bare minimum, knowledge workers use multiple individual documents of different formats and structure, and leverage visualization solutions to access information; but the real value of visualization can be fully reaped when it is connected to enterprise applications like PLM and tied to the appropriate business context. The picture below illustrates this visualization maturity curve, as we presented during the last Oracle Open World and the transformational effect that visualization can have on PLM processes and performance (check out the post about AutoVue Key Highlights from Oracle Open World 2012 for more information). Organizations are likely to see greater positive impact on business performance when visualization is connected to enterprise systems, allowing access to information coming from multiple sources, such as PLM, supply chain management (SCM) and enterprise resource planning (ERP). This allows organizations to reach higher levels of collaboration and optimize decision-making capacity as users can benefit from in-context access to visual information. For instance, within a PLM system, a design engineer can access a product assembly and review digital annotations added by other users specific to the engineering change request he is reviewing rather than all historical annotations. The last stage on the curve is what we call augmented business visualization (ABV). ABV is an innovative framework which lets structured data (from Oracle’s Agile PLM for instance) interact with unstructured data (documents, design, 3D models, etc). With this new level of integration, information coming from multiple sources can be presented in a highly visual fashion; color displays can be used in order to identify parts with specific characteristics (for example pending quality issues) and you can take actions directly from within the context of documents and designs, maximizing user productivity. Those who had the chance to attend our PLM session during Oracle Open World already got a sneak peek of our latest augmented business visualization for Oracle’s Agile PLM. The solution generated a lot of wows. Stephen Porter, CEO at Zero Wait State, indicated in a post entitled “The PLM State: the Manhattan Project-Oracle’s Next Big Secret Weapon” that “this kind of synergy between visualization and PLM could qualify as a powerful weapon differentiating Agile PLM from other solutions.” If you are interested in learning more about ABV for Oracle’s Agile PLM and hear about real examples of usage of visualization at all stages of the visualization maturity curve, don’t miss our Visual Decision Making to Optimize New Product Development and Introduction session during the Oracle Value Chain Summit (Feb. 4-6, 2013, San Francisco). We look forward to seeing you there!

• WebLogic Server 11gR1 Interactive Quick Reference

- by JuergenKress
The WebLogic Server 11gR1 Administration interactive quick reference is a multimedia tool for various terms and concepts used in WebLogic Server architecture. This tool is available for administrators for online or offline use. This is built as a multimedia web page which provides descriptions of WebLogic Server Architectural components, and references to relevant documentation. This tool offers valuable reference information for any complex concept or product in an intuitive and useful manner. Each interactive type presents data that may be available in the documentation (in the case of Oracle products), but presents it in a way that is more intuitive and useful to a user of Oracle products because it displays data the way it is used in a real world, best practice scenario. For example, the architectural diagram interactive type provides an image of an architectural diagram that is typically larger than a single slide or paper. The image is scrollable and provides zoom capabilities to easily and clearly view any part of the image. The image itself contains a hotspot map that you can click to get more information about a feature, including reference links to the documentation in question. Linking the visual image of the component and where it fits in the overall architecture of the product, or technology in use, to the technical explanation and how-to materials related to that component is something not offered by the documentation. In a future release, the poster will also enable you to drill down even further into the individual subsystems in nested diagrams to look at the details of that subsystem. In short, the interactive posters are good at showing you the big picture, then quickly and easily getting you to the detailed information you need. In an instant, you can see where a technical component fits into an overall architecture, and zero in on the nitty-gritty details that show you how to do it yourself. Note: This is a first initial release with more features in development. Currently known information: Only Firefox 8.0 and higher is known to work with this product. This product may work with Chrome and Safari browsers, but is known to have issues in Internet Explorer at this time. • Swiss Re increases data warehouse performance and deploys in record time

- by KLaker
Great information on yet another data warehouse deployment on Exadata. A little background on Swiss Re: In 2002, Swiss Re established a data warehouse for its client markets and products to gather reinsurance information across all organizational units into an integrated structure. The data warehouse provided the basis for reporting at the group level with drill-down capability to individual contracts, while facilitating application integration and data exchange by using common data standards. Initially focusing on property and casualty reinsurance information only, it now includes life and health reinsurance, insurance, and nonlife insurance information. Key highlights of the benefits that Swiss Re achieved by using Exadata: Reduced the time to feed the data warehouse and generate data marts by 58% Reduced average runtime by 24% for standard reports comfortably loading two data warehouse refreshes per day with incremental feeds Freed up technical experts by significantly minimizing time spent on tuning activities Most importantly this was one of the fastest project deployments in Swiss Re's history. They went from installation to production in just four months! What is truly surprising is the that it only took two weeks between power-on to testing the machine with full data volumes! Business teams at Swiss Re are now able to fully exploit up-to-date analytics across property, casualty, life, health insurance, and reinsurance lines to identify successful products. These points are highlighted in the following quotes from Dr. Stephan Gutzwiller, Head of Data Warehouse Services at Swiss Re: "We were operating a complete Oracle stack, including servers, storage area network, operating systems, and databases that was well optimized and delivered very good performance over an extended period of time. When a hardware replacement was scheduled for 2012, Oracle Exadata was a natural choice—and the performance increase was impressive. It enabled us to deliver analytics to our internal customers faster, without hiring more IT staff" “The high quality data that is readily available with Oracle Exadata gives us the insight and agility we need to cater to client needs. We also can continue re-engineering to keep up with the increasing demand without having to grow the organization. This combination creates excellent business value.” Our full press release is available here: http://www.oracle.com/us/corporate/customers/customersearch/swiss-re-1-exadata-ss-2050409.html. • WebCenter Content Web Search Performance: Do you really need that folder path info?

- by Nicolas Montoya
End-users want content at their fingertips at the speed of thought if possible. When running search operations in the WebCenter Conter Web Interface every second or fraction of a second improvement does matter. When doing some trace analysis on the systemdatabase tracing on a customer environment, we came across some SQL queries that were unnecessarily being triggered! These were related to determining the folder path for every entry part of the search result set. However, this folder path was not even being used as part of the displayed information in the user interface. Why was the folder path information being collected when it was not even displayed in the UI? We found that the configuration parameter 'FolderPathInSearchResults' was set to 'true' under Administration > Admin Server > General Configuration > Additional Configuration Variables as shown below:When executing a quicksearch by keyword we were getting 100 out of 2280 entries in the first page of the result set. When thera 'FolderPathInSearchResults' configuration parameter is set to 'true', the following queries appear in the systemdatabase tracing:100 executions for a query on the FolderFiles table for each of the documents displayed in the first page:>systemdatabase/6 12.13 11:17:48.188 IdcServer-199 1.45 ms. SELECT * FROM FolderFiles WHERE dDocName='SLC02VGVUSORAC140641' AND fLinkRank=0[Executed. Returned row(s): true]382 executions for a query of the folders tables - most of the documents that match the keyword criteria are at a folder depth level of three or four:>systemdatabase/6 12.13 11:17:48.114 IdcServer-199 2.57 ms. SELECT FolderFolders.*,FolderMetaDefaults.* FROM FolderFolders,FolderMetaDefaults WHERE FolderFolders.fFolderGUID=FolderMetaDefaults.fFolderGUID(+) AND((FolderFolders.fFolderGUID = '1EB8E527E19B09ED3FE82EE310AEA13A' ) )[Executed.Returned row(s): true]By setting this 'FolderPathInSearchResults' configuration parameter to 'false', the above queries were no longer reported in the Server Output System Audit Information. Now, let's consider a practical scenario:Search result set page = 100Average folder depth der document in the search result set: 5The number of folder path related queries will be: 100 + 5*500 = 600If each query takes slightly over 3 ms. You would have 2000 ms (2 seconds) spent in server time to get this information. The overall performance impact goes beyond seerver time execution, as this information needs to travel from the server to the browser. If the documents are further nested into the folder hierarchy, additional hundreds of queries may be executed. If folder path is not being displayed in the end-user interface profile, your system may be better of with the 'FolderPathInSearchResults' configuration parameter disabled.

• Configuring trace file size and number in WebCenter Content 11g

- by Kyle Hatlestad
Lately I've been doing a lot of debugging using the System Output tracing in WebCenter Content 11g. This is built-in tracing in the content server which provides a great level of detail on what's happening under the hood. You can access the settings as well as a view of the tracing by going to Administration -> System Audit Information. From here, you can select the tracing sections to include. Some of my personal favorites are searchquery, systemdatabase, userstorage, and indexer. Usually I'm trying to find out some information regarding a search, database query, or user information. Besides debugging, it's also very helpful for performance tuning. One of the nice tricks with the tracing is it honors the wildcard (*) character. So you can put in 'schema*' and gather all of the schema related tracing. And you can notice if you select 'all' and update, it changes to just a *. To view the tracing in real-time, you simply go to the 'View Server Output' page and the latest tracing information will be at the bottom. This works well if you're looking at something pretty discrete and the system isn't getting much activity. But if you've got a lot of tracing going on, it would be better to go after the trace log file itself. By default, the log files can be found in the <content server instance directory>/data/trace directory. You'll see it named 'idccs_<managed server name>_current.log. You may also find previous trace logs that have rolled over. In this case they will identified by a date/time stamp in the name. By default, the server will rotate the logs after they reach 1MB in size. And it will keep the most recent 10 logs before they roll off and get deleted. If your server is in a cluster, then the trace file should be configured to be local to the node per the recommended configuration settings. If you're doing some extensive tracing and need to capture all of the information, there are a couple of configuration flags you can set to control the logs. #Change log size to 10MB and number of logs to 20FileSizeLimit=10485760FileCountLimit=20 This is set by going to Admin Server -> General Configuration and entering them in the Additional Configuration Variables: section. Restart the server and it should take on the new logging settings.

• replace html tags within xml content with wordML formatting tags

- by Josh
I am taking an XML document and creating a word document using XSLT and OpenXML. The problem is that when I create the word document, all of the HTML that is within the CDATA tags are not escaped and look like this: GET /recipe/recipe/cat.php/>"><script>alert(document.domain)</script> I have tried defining "cdata-section-elements" in my xsl:output; however I receive an error stating that p tag doesn't match the w:t tag.(the p tag is apart of the CDATA HTML). Here is what one of my xsl templates looks like: <xsl:template match="SECTION"> <w:p w:rsidR="00272D24" w:rsidRPr="00272D24" w:rsidRDefault="00272D24"> <w:pPr> <w:rPr> <w:rFonts w:ascii="Arial" w:hAnsi="Arial" w:cs="Arial"/> </w:rPr> </w:pPr> </xsl:template> <w:r w:rsidRPr="00272D24"> <w:rPr> <w:rFonts w:ascii="Arial" w:hAnsi="Arial" w:cs="Arial"/> </w:rPr> <w:t> <xsl:value-of select="INFORMATION"/> </w:t> </w:r> </w:p> Here is what the xml looks like: <INFORMATION>
line 1 of information
line 2 of information....... </INFORMATION> Here is what the word output looks like: (white space and poor formatting) DIAGNOSIS:
line 1 of information.
line 2 of information I need to be able to somehow render the HTML or strip out the HTML. If I strip out the HTML then I would have to search for every possible HTML element, which is madness! Any help at all would be appreciated... Thanks.

• Configuring UCM cache to check for external Content Server changes

- by Martin Deh
Recently, I was involved in a customer scenario where they were modifying the Content Server's contributor data files directly through Content Server. This operation of course is completely supported. However, since the contributor data file was modified through the "backdoor", a running WebCenter Spaces page, which also used the same data file, would not get the updates immediately. This was due to two reasons. The first reason is that the Spaces page was using Content Presenter to display the contents of the data file. The second reason is that the Spaces application was using the "cached" version of the data file. Fortunately, there is a way to configure cache so backdoor changes can be picked up more quickly and automatically. First a brief overview of Content Presenter. The Content Presenter task flow enables WebCenter Spaces users with Page-Edit permissions to precisely customize the selection and presentation of content in a WebCenter Spaces application. With Content Presenter, you can select a single item of content, contents under a folder, a list of items, or query for content, and then select a Content Presenter based template to render the content on a page in a Spaces application. In addition to displaying the folders and the files in a Content Server, Content Presenter integrates with Oracle Site Studio to allow you to create, access, edit, and display Site Studio contributor data files (Content Server Document) in either a Site Studio region template or in a custom Content Presenter display template. More information about creating Content Presenter Display Template can be found in the OFM Developers Guide for WebCenter Portal. The easiest way to configure the cache is to modify the WebCenter Spaces Content Server service connection setting through Enterprise Manager. From here, under the Cache Details, there is a section to set the Cache Invalidation Interval. Basically, this enables the cache to be monitored by the cache "sweeper" utility. The cache sweeper queries for changes in the Content Server, and then "marks" the object in cache as "dirty". This causes the application in turn to get a new copy of the document from the Content Server that replaces the cached version. By default the initial value for the Cache Invalidation Interval is set to 0 (minutes). This basically means that the sweeper is OFF. To turn the sweeper ON, just set a value (in minutes). The mininal value that can be set is 2 (minutes): Just a note. In some instances, once the value of the Cache Invalidation Interval has been set (and saved) in the Enterprise Manager UI, it becomes "sticky" and the interval value cannot be set back to 0. The good news is that this value can also be updated throught a WLST command. The WLST command to run is as follows: setJCRContentServerConnection(appName, name, [socketType, url, serverHost, serverPort, keystoreLocation, keystorePassword, privateKeyAlias, privateKeyPassword, webContextRoot, clientSecurityPolicy, cacheInvalidationInterval, binaryCacheMaxEntrySize, adminUsername, adminPassword, extAppId, timeout, isPrimary, server, applicationVersion]) One way to get the required information for executing the command is to use the listJCRContentServerConnections('webcenter',verbose=true) command. For example, this is the sample output from the execution: ------------------ UCM ------------------ Connection Name: UCM Connection Type: JCR External Appliction ID: Timeout: (not set) CIS Socket Type: socket CIS Server Hostname: webcenter.oracle.local CIS Server Port: 4444 CIS Keystore Location: CIS Private Key Alias: CIS Web URL: Web Server Context Root: /cs Client Security Policy: Admin User Name: sysadmin Cache Invalidation Interval: 2 Binary Cache Maximum Entry Size: 1024 The Documents primary connection is "UCM" From this information, the completed setJCRContentServerConnection would be: setJCRContentServerConnection(appName='webcenter',name='UCM', socketType='socket', serverHost='webcenter.oracle.local', serverPort='4444', webContextRoot='/cs', cacheInvalidationInterval='0', binaryCacheMaxEntrySize='1024',adminUsername='sysadmin',isPrimary=1) Note: The Spaces managed server must be restarted for the change to take effect. More information about using WLST for WebCenter can be found here. Once the sweeper is turned ON, only cache objects that have been changed will be invalidated. To test this out, I will go through a simple scenario. The first thing to do is configure the Content Server so it can monitor and report on events. Log into the Content Server console application, and under the Administration menu item, select System Audit Information. Note: If your console is using the left menu display option, the Administration link will be located there. Under the Tracing Sections Information, add in only "system" and "requestaudit" in the Active Sections. Check Full Verbose Tracing, check Save, then click the Update button. Once this is done, select the View Server Output menu option. This will change the browser view to display the log. This is all that is needed to configure the Content Server. For example, the following is the View Server Output with the cache invalidation interval set to 2(minutes) Note the time stamp: requestaudit/6 08.30 09:52:26.001 IdcServer-68 GET_FOLDER_HISTORY_REPORT [dUser=sysadmin][IsJava=1] 0.016933999955654144(secs) requestaudit/6 08.30 09:52:26.010 IdcServer-69 GET_FOLDER_HISTORY_REPORT [dUser=sysadmin][IsJava=1] 0.006134999915957451(secs) requestaudit/6 08.30 09:52:26.014 IdcServer-70 GET_DOCUMENT_HISTORY_REPORT [dUser=sysadmin][IsJava=1] 0.004271999932825565(secs) ... other trace info ... requestaudit/6 08.30 09:54:26.002 IdcServer-71 GET_FOLDER_HISTORY_REPORT [dUser=sysadmin][IsJava=1] 0.020323999226093292(secs) requestaudit/6 08.30 09:54:26.011 IdcServer-72 GET_FOLDER_HISTORY_REPORT [dUser=sysadmin][IsJava=1] 0.017928000539541245(secs) requestaudit/6 08.30 09:54:26.017 IdcServer-73 GET_DOCUMENT_HISTORY_REPORT [dUser=sysadmin][IsJava=1] 0.010185999795794487(secs) Now that the tracing logs are reporting correctly, the next step is set up the Spaces app to test the sweeper. I will use 2 different pages that will use Content Presenter task flows. Each task flow will use a different custom Content Presenter display template, and will be assign 2 different contributor data files (document that will be in the cache). The pages at run time appear as follows: Initially, when the Space pages containing the content is loaded in the browser for the first time, you can see the tracing information in the Content Server output viewer. requestaudit/6 08.30 11:51:12.030 IdcServer-129 CLEAR_SERVER_OUTPUT [dUser=weblogic] 0.029171999543905258(secs) requestaudit/6 08.30 11:51:12.101 IdcServer-130 GET_SERVER_OUTPUT [dUser=weblogic] 0.025721000507473946(secs) requestaudit/6 08.30 11:51:26.592 IdcServer-131 VCR_GET_DOCUMENT_BY_NAME [dID=919][dDocName=DF_UCMCACHETESTER][dDocTitle=DF_UCMCacheTester][dUser=weblogic][RevisionSelectionMethod=LatestReleased][IsJava=1] 0.21525299549102783(secs) requestaudit/6 08.30 11:51:27.117 IdcServer-132 VCR_GET_CONTENT_TYPES [dUser=sysadmin][IsJava=1] 0.5059549808502197(secs) requestaudit/6 08.30 11:51:27.146 IdcServer-133 VCR_GET_CONTENT_TYPE [dUser=sysadmin][IsJava=1] 0.03360399976372719(secs) requestaudit/6 08.30 11:51:27.169 IdcServer-134 VCR_GET_CONTENT_TYPE [dUser=sysadmin][IsJava=1] 0.008806000463664532(secs) requestaudit/6 08.30 11:51:27.204 IdcServer-135 VCR_GET_CONTENT_TYPE [dUser=sysadmin][IsJava=1] 0.013265999965369701(secs) requestaudit/6 08.30 11:51:27.384 IdcServer-136 VCR_GET_CONTENT_TYPE [dUser=sysadmin][IsJava=1] 0.18119299411773682(secs) requestaudit/6 08.30 11:51:27.533 IdcServer-137 VCR_GET_CONTENT_TYPE [dUser=sysadmin][IsJava=1] 0.1519480049610138(secs) requestaudit/6 08.30 11:51:27.634 IdcServer-138 VCR_GET_CONTENT_TYPE [dUser=sysadmin][IsJava=1] 0.10827399790287018(secs) requestaudit/6 08.30 11:51:27.687 IdcServer-139 VCR_GET_CONTENT_TYPE [dUser=sysadmin][IsJava=1] 0.059702999889850616(secs) requestaudit/6 08.30 11:51:28.271 IdcServer-140 GET_USER_PERMISSIONS [dUser=weblogic][IsJava=1] 0.006703000050038099(secs) requestaudit/6 08.30 11:51:28.285 IdcServer-141 GET_ENVIRONMENT [dUser=sysadmin][IsJava=1] 0.010893999598920345(secs) requestaudit/6 08.30 11:51:30.433 IdcServer-142 GET_SERVER_OUTPUT [dUser=weblogic] 0.017318999394774437(secs) requestaudit/6 08.30 11:51:41.837 IdcServer-143 VCR_GET_DOCUMENT_BY_NAME [dID=508][dDocName=113_ES][dDocTitle=Landing Home][dUser=weblogic][RevisionSelectionMethod=LatestReleased][IsJava=1] 0.15937699377536774(secs) requestaudit/6 08.30 11:51:42.781 IdcServer-144 GET_FILE [dID=326][dDocName=WEBCENTERORACL000315][dDocTitle=Duke][dUser=anonymous][RevisionSelectionMethod=LatestReleased][dSecurityGroup=Public][xCollectionID=0] 0.16288499534130096(secs) The highlighted sections show where the 2 data files DF_UCMCACHETESTER (P1 page) and 113_ES (P2 page) were called by the (Spaces) VCR connection to the Content Server. The next step is to go through the "backdoor" and change one of the documents through the Content Server console. This operation can be done by first locating the data file document, and from the Content Information page, select Edit Data File menu option. This invokes the Site Studio Contributor, where the modifications can be made. • Using VLOOKUP in Excel

- by Mark Virtue
VLOOKUP is one of Excel’s most useful functions, and it’s also one of the least understood. In this article, we demystify VLOOKUP by way of a real-life example. We’ll create a usable Invoice Template for a fictitious company. So what is VLOOKUP? Well, of course it’s an Excel function. This article will assume that the reader already has a passing understanding of Excel functions, and can use basic functions such as SUM, AVERAGE, and TODAY. In its most common usage, VLOOKUP is a database function, meaning that it works with database tables – or more simply, lists of things in an Excel worksheet. What sort of things? Well, any sort of thing. You may have a worksheet that contains a list of employees, or products, or customers, or CDs in your CD collection, or stars in the night sky. It doesn’t really matter. Here’s an example of a list, or database. In this case it’s a list of products that our fictitious company sells: Usually lists like this have some sort of unique identifier for each item in the list. In this case, the unique identifier is in the “Item Code” column. Note: For the VLOOKUP function to work with a database/list, that list must have a column containing the unique identifier (or “key”, or “ID”), and that column must be the first column in the table. Our sample database above satisfies this criterion. The hardest part of using VLOOKUP is understanding exactly what it’s for. So let’s see if we can get that clear first: VLOOKUP retrieves information from a database/list based on a supplied instance of the unique identifier. Put another way, if you put the VLOOKUP function into a cell and pass it one of the unique identifiers from your database, it will return you one of the pieces of information associated with that unique identifier. In the example above, you would pass VLOOKUP an item code, and it would return to you either the corresponding item’s description, its price, or its availability (its “In stock” quantity). Which of these pieces of information will it pass you back? Well, you get to decide this when you’re creating the formula. If all you need is one piece of information from the database, it would be a lot of trouble to go to to construct a formula with a VLOOKUP function in it. Typically you would use this sort of functionality in a reusable spreadsheet, such as a template. Each time someone enters a valid item code, the system would retrieve all the necessary information about the corresponding item. Let’s create an example of this: An Invoice Template that we can reuse over and over in our fictitious company. First we start Excel… …and we create ourselves a blank invoice: This is how it’s going to work: The person using the invoice template will fill in a series of item codes in column “A”, and the system will retrieve each item’s description and price, which will be used to calculate the line total for each item (assuming we enter a valid quantity). For the purposes of keeping this example simple, we will locate the product database on a separate sheet in the same workbook: In reality, it’s more likely that the product database would be located in a separate workbook. It makes little difference to the VLOOKUP function, which doesn’t really care if the database is located on the same sheet, a different sheet, or a completely different workbook. In order to test the VLOOKUP formula we’re about to write, we first enter a valid item code into cell A11: Next, we move the active cell to the cell in which we want information retrieved from the database by VLOOKUP to be stored. Interestingly, this is the step that most people get wrong. To explain further: We are about to create a VLOOKUP formula that will retrieve the description that corresponds to the item code in cell A11. Where do we want this description put when we get it? In cell B11, of course. So that’s where we write the VLOOKUP formula – in cell B11. Select cell B11: We need to locate the list of all available functions that Excel has to offer, so that we can choose VLOOKUP and get some assistance in completing the formula. This is found by first clicking the Formulas tab, and then clicking Insert Function: A box appears that allows us to select any of the functions available in Excel. To find the one we’re looking for, we could type a search term like “lookup” (because the function we’re interested in is a lookup function). The system would return us a list of all lookup-related functions in Excel. VLOOKUP is the second one in the list. Select it an click OK… The Function Arguments box appears, prompting us for all the arguments (or parameters) needed in order to complete the VLOOKUP function. You can think of this box as the function is asking us the following questions: What unique identifier are you looking up in the database? Where is the database? Which piece of information from the database, associated with the unique identifier, do you wish to have retrieved for you? The first three arguments are shown in bold, indicating that they are mandatory arguments (the VLOOKUP function is incomplete without them and will not return a valid value). The fourth argument is not bold, meaning that it’s optional: We will complete the arguments in order, top to bottom. The first argument we need to complete is the Lookup_value argument. The function needs us to tell it where to find the unique identifier (the item code in this case) that it should be retuning the description of. We must select the item code we entered earlier (in A11). Click on the selector icon to the right of the first argument: Then click once on the cell containing the item code (A11), and press Enter: The value of “A11” is inserted into the first argument. Now we need to enter a value for the Table_array argument. In other words, we need to tell VLOOKUP where to find the database/list. Click on the selector icon next to the second argument: Now locate the database/list and select the entire list – not including the header line. The database is located on a separate worksheet, so we first click on that worksheet tab: Next we select the entire database, not including the header line: …and press Enter. The range of cells that represents the database (in this case “’Product Database’!A2:D7”) is entered automatically for us into the second argument. Now we need to enter the third argument, Col_index_num. We use this argument to specify to VLOOKUP which piece of information from the database, associate with our item code in A11, we wish to have returned to us. In this particular example, we wish to have the item’s description returned to us. If you look on the database worksheet, you’ll notice that the “Description” column is the second column in the database. This means that we must enter a value of “2” into the Col_index_num box: It is important to note that that we are not entering a “2” here because the “Description” column is in the B column on that worksheet. If the database happened to start in column K of the worksheet, we would still enter a “2” in this field. Finally, we need to decide whether to enter a value into the final VLOOKUP argument, Range_lookup. This argument requires either a true or false value, or it should be left blank. When using VLOOKUP with databases (as is true 90% of the time), then the way to decide what to put in this argument can be thought of as follows: If the first column of the database (the column that contains the unique identifiers) is sorted alphabetically/numerically in ascending order, then it’s possible to enter a value of true into this argument, or leave it blank. If the first column of the database is not sorted, or it’s sorted in descending order, then you must enter a value of false into this argument As the first column of our database is not sorted, we enter false into this argument: That’s it! We’ve entered all the information required for VLOOKUP to return the value we need. Click the OK button and notice that the description corresponding to item code “R99245” has been correctly entered into cell B11: The formula that was created for us looks like this: If we enter a different item code into cell A11, we will begin to see the power of the VLOOKUP function: The description cell changes to match the new item code: We can perform a similar set of steps to get the item’s price returned into cell E11. Note that the new formula must be created in cell E11. The result will look like this: …and the formula will look like this: Note that the only difference between the two formulae is the third argument (Col_index_num) has changed from a “2” to a “3” (because we want data retrieved from the 3rd column in the database). If we decided to buy 2 of these items, we would enter a “2” into cell D11. We would then enter a simple formula into cell F11 to get the line total: =D11*E11 …which looks like this… Completing the Invoice Template We’ve learned a lot about VLOOKUP so far. In fact, we’ve learned all we’re going to learn in this article. It’s important to note that VLOOKUP can be used in other circumstances besides databases. This is less common, and may be covered in future How-To Geek articles. Our invoice template is not yet complete. In order to complete it, we would do the following: We would remove the sample item code from cell A11 and the “2” from cell D11. This will cause our newly created VLOOKUP formulae to display error messages: We can remedy this by judicious use of Excel’s IF() and ISBLANK() functions. We change our formula from this… =VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE) …to this… =IF(ISBLANK(A11),”",VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE)) We would copy the formulas in cells B11, E11 and F11 down to the remainder of the item rows of the invoice. Note that if we do this, the resulting formulas will no longer correctly refer to the database table. We could fix this by changing the cell references for the database to absolute cell references. Alternatively – and even better – we could create a range name for the entire product database (such as “Products”), and use this range name instead of the cell references. The formula would change from this… =IF(ISBLANK(A11),”",VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE)) …to this… =IF(ISBLANK(A11),”",VLOOKUP(A11,Products,2,FALSE)) …and then copy the formulas down to the rest of the invoice item rows. We would probably “lock” the cells that contain our formulae (or rather unlock the other cells), and then protect the worksheet, in order to ensure that our carefully constructed formulae are not accidentally overwritten when someone comes to fill in the invoice. We would save the file as a template, so that it could be reused by everyone in our company If we were feeling really clever, we would create a database of all our customers in another worksheet, and then use the customer ID entered in cell F5 to automatically fill in the customer’s name and address in cells B6, B7 and B8. If you would like to practice with VLOOKUP, or simply see our resulting Invoice Template, it can be downloaded from here. • Project Management Helps AmeriCares Deliver International Aid

- by Sylvie MacKenzie, PMP
Excerpt from PROFIT - ORACLE - by Alison Weiss Handle with Care Sound project management helps AmeriCares bring international aid to those in need. The stakes are always high for AmeriCares. On a mission to restore health and save lives during times of disaster, the nonprofit international relief and humanitarian aid organization delivers donated medicines, medical supplies, and humanitarian aid to people in the U.S. and around the globe. Founded in 1982 with the express mission of responding as quickly and efficiently as possible to help people in need, the Stamford, Connecticut-based AmeriCares has delivered more than US$10.5 billion in aid to 147 countries over the past three decades. Launch the Slideshow “It’s critically important to us that we steward all the donations and that the medical supplies and medicines get to people as quickly as possible with no loss,” says Kate Sears, senior vice president for finance and technology at AmeriCares. “Whether we’re shipping IV solutions to victims of cholera in Haiti or antibiotics to Somali famine victims, we need to get the medicines there sooner because it means more people will be helped and lives improved or even saved.” Ten years ago, the tracking systems used by AmeriCares associates were paper-based. In recent years, staff started using spreadsheets, but the tracking processes were not standardized between teams. “Every team was tracking completely different information,” says Megan McDermott, senior associate, Sub-Saharan Africa partnerships, at AmeriCares. “It was just a few key things. For example, we tracked the date a shipment was supposed to arrive and the date we got reports from our partner that a hospital received aid on their end.” While the data was accurate, much detail was being lost in the process. AmeriCares management knew it could do a better job of tracking this enterprise data and in 2011 took a significant step by implementing Oracle’s Primavera P6 Professional Project Management. “It’s a comprehensive solution that has helped us improve the monitoring and controlling processes. It has allowed us to do our distribution better,” says Sears. In addition, the implementation effort has been a change agent, helping AmeriCares leadership rethink project management across the entire organization. Initially, much of the focus was on standardizing processes, but staff members also learned the importance of thinking proactively to prevent possible problems and evaluating results to determine if goals and objectives are truly being met. Such data about process efficiency and overall results is critical not only to AmeriCares staff but also to the donors supporting the organization’s life-saving missions. Efficiency Saves Lives One of AmeriCares’ core operations is to gather product donations from the private sector, establish where the most-urgent needs are, and solicit monetary support to send the aid via ocean cargo or airlift to welfare- and health-oriented nongovernmental organizations, hospitals, health networks, and government ministries based in areas in need. In 2011 alone, AmeriCares sent more than 3,500 shipments to 95 countries in response to both ongoing humanitarian needs and more than two dozen emergencies, including deadly tornadoes and storms in the U.S. and the devastating tsunami in Japan. When it comes to nonprofits in general, donors want to know that the charitable organizations they support are using funds wisely. Typically, nonprofits are evaluated by donors in terms of efficiency, an area where AmeriCares has an excellent reputation: 98 percent of expenses go directly to supporting programs and less than 2 percent represent administrative and fundraising costs. Donors, however, should look at more than simple efficiency, says Peter York, senior partner and chief research and learning officer at TCC Group, a nonprofit consultancy headquartered in New York, New York. They should also look at whether organizations have the systems in place to sustain their missions and continue to thrive. An expert on nonprofit organizational management, York has spent years studying sustainable charitable organizations. He defines them as nonprofits that are able to achieve the ongoing financial support to stay relevant and continue doing core mission work. In his analysis of well over 2,500 larger nonprofits, York has found that many are not sustaining, and are actually scaling back in size. “One of the biggest challenges of nonprofit sustainability is the general public’s perception that every dollar donated has to go only to the delivery of service,” says York. “What our data shows is that there are some fundamental capacities that have to be there in order for organizations to sustain and grow.” York’s research highlights the importance of data-driven leadership at successful nonprofits. “You’ve got to have the tools, the systems, and the technologies to get objective information on what you do, the people you serve, and the results you’re achieving,” says York. “If leaders don’t have the knowledge and the data, they can’t make the strategic decisions about programs to take organizations to the next level.” Historically, AmeriCares associates have used time-tested and cost-effective strategies to ship and then track supplies from donation to delivery to their destinations in designated time frames. When disaster strikes, AmeriCares ships by air and generally pulls out all the stops to deliver the most urgently needed aid within the first few days and weeks. Then, as situations stabilize, AmeriCares turns to delivering sea containers for the postemergency and ongoing aid so often needed over the long term. According to McDermott, getting a shipment out the door is fairly complicated, requiring as many as five different AmeriCares teams collaborating together. The entire process can take months—from when products are received in the warehouse and deciding which recipients to allocate supplies to, to getting customs and governmental approvals in place, actually shipping products, and finally ensuring that the products are received in-country. Delivering that aid is no small affair. “Our volume exceeds half a billion dollars a year worth of donated medicines and medical supplies, so it’s a sizable logistical operation to bring these products in and get them out to the right place quickly to have the most impact,” says Sears. “We really pride ourselves on our controls and efficiencies.” Adding to that complexity is the fact that the longer it takes to deliver aid, the more dire the human need can be. Any time AmeriCares associates can shave off the complicated aid delivery process can translate into lives saved. “It’s really being able to track information consistently that will help us to see where are the bottlenecks and where can we work on improving our processes,” says McDermott. Setting a Standard Productivity and information management improvements were key objectives for AmeriCares when staff began the process of implementing Oracle’s Primavera solution. But before configuring the software, the staff needed to take the time to analyze the systems already in place. According to Greg Loop, manager of database systems at AmeriCares, the organization received guidance from several consultants, including Rich D’Addario, consulting project manager in the Primavera Global Business Unit at Oracle, who was instrumental in shepherding the critical requirements-gathering phase. D’Addario encouraged staff to begin documenting shipping processes by considering the order in which activities occur and which ones are dependent on others to get accomplished. This exercise helped everyone realize that to be more efficient, they needed to keep track of shipments in a more standard way. “The staff didn’t recognize formal project management methodology,” says D’Addario. “But they did understand what the most important things are and that if they go wrong, an entire project can go off course.” Before, if a boatload of supplies was being sent to Haiti and there was a problem somewhere, a lot of time was taken up finding out where the problem was—because staff was not tracking things in a standard way. As a result, even more time was needed to find possible solutions to the problem and alert recipients that the aid might be delayed. “For everyone to put on the project manager hat and standardize the way every single thing is done means that now the whole organization is on the same page as to what needs to occur from the time a hurricane hits Haiti and when a boat pulls in to unload supplies,” says D’Addario. With so much care taken to put a process foundation firmly in place, configuring the Primavera solution was actually quite simple. Specific templates were set up for different types of shipments, and dashboards were implemented to provide executives with clear overviews of every project in the system. AmeriCares’ Loop reports that system planning, refining, and testing, followed by writing up documentation and training, took approximately four months. The system went live in spring 2011 at AmeriCares’ Connecticut headquarters. While the nonprofit has an international presence, with warehouses in Europe and offices in Haiti, India, Japan, and Sri Lanka, most donated medicines come from U.S. entities and are shipped from the U.S. out to the rest of the world. In addition, all shipments are tracked from the U.S. office. AmeriCares doesn’t expect the Primavera system to take months off the shipping time, especially for sea containers. However, any time saved is still important because it will allow aid to be delivered to people more quickly at a lower overall cost. “If we can trim a day or two here or there, that can translate into lives that we’re saving, especially in emergency situations,” says Sears. A Cultural Change Beyond the measurable benefits that come with IT-driven process improvement, AmeriCares management is seeing a change in culture as a result of the Primavera project. One change has been treating every shipment of aid as a project, and everyone involved with facilitating shipments as a project manager. “This is a revolutionary concept for us,” says McDermott. “Before, we were used to thinking we were doing logistics—getting a container from point A to point B without looking at it as one project and really understanding what it meant to manage it.” AmeriCares staff is also happy to report that collaboration within the organization is much more efficient. When someone creates a shipment in the Primavera system, the same shared template is used, which means anyone can log in to the system to see the status of a shipment. Knowledgeable staff can access a shipment project to help troubleshoot a problem. Management can easily check the status of projects across the organization. “Dashboards are really useful,” says McDermott. “Instead of going into the details of each project, you can just see the high-level real-time information at a glance.” The new system is helping team members focus on proactively managing shipments rather than simply reacting when problems occur. For example, when a container is shipped, documents must be included for customs clearance. Now, the shipping template has built-in reminders to prompt team members to ask for copies of these documents from freight forwarders and to follow up with partners to discover if a shipment is on time. In the past, staff may not have worked on securing these documents until they’d been notified a shipment had arrived in-country. Another benefit of capturing and adopting best practices within the Primavera system is that staff training is easier. “Capturing the processes in documented steps and milestones allows us to teach new staff members how to do their jobs faster,” says Sears. “It provides them with the knowledge of their predecessors so they don’t have to keep reinventing the wheel.” With the Primavera system already generating positive results, management is eager to take advantage of advanced capabilities. Loop is working on integrating the company’s proprietary inventory management system with the Primavera system so that when logistics or warehousing operators input data, the information will automatically go into the Primavera system. In the past, this information had to be manually keyed into spreadsheets, often leading to errors. Mining Historical Data Another feature on the horizon for AmeriCares is utilizing Primavera P6 Professional Project Management reporting capabilities. As the system begins to include more historical data, management soon will be able to draw on this information to conduct analysis that has not been possible before and create customized reports. For example, at the beginning of the shipment process, staff will be able to use historical data to more accurately estimate how long the approval process should take for a particular country. This could help ensure that food and medicine with limited shelf lives do not get stuck in customs or used beyond their expiration dates. The historical data in the Primavera system will also help AmeriCares with better planning year to year. The nonprofit’s staff has always put together a plan at the beginning of the year, but this has been very challenging simply because it is impossible to predict disasters. Now, management will be able to look at historical data and see trends and statistics as they set current objectives and prepare for future need. In addition, this historical data will provide AmeriCares management with the ability to review year-end data and compare actual project results with goals set at the beginning of the year—to see if desired outcomes were achieved and if there are areas that need improvement. It’s this type of information that is so valuable to donors. And, according to York, project management software can play a critical role in generating the data to help nonprofits sustain and grow. “It is important to invest in systems to help replicate, expand, and deliver services,” says York. “Project management software can help because it encourages nonprofits to examine program or service changes and how to manage moving forward.” Sears believes that AmeriCares donors will support the return on investment the organization will achieve with the Primavera solution. “It won’t be financial returns, but rather how many more people we can help for a given dollar or how much more quickly we can respond to a need,” says Sears. “I think donors are receptive to such arguments.” And for AmeriCares, it is all about the future and increasing results. The project management environment currently may be quite simple, but IT staff plans to expand the complexity and functionality as the organization grows in its knowledge of project management and the goals it wants to achieve. “As we use the system over time, we’ll continue to refine our best practices and accumulate more data,” says Sears. “It will advance our ability to make better data-driven decisions.”
