  • Stumbling Through: Making a case for the K2 Case Management Framework

    I have recently attended a three-day training session on K2s Case Management Framework (CMF), a free framework built on top of K2s blackpearl workflow product, and I have come away with several different impressions for some of the different aspects of the framework.  Before we get into the details, what is the Case Management Framework?  It is essentially a suite of tools that, when used together, solve many common workflow scenarios.  The tool has been developed over time by K2 consultants that have realized they tend to solve the same problems over and over for various clients, so they attempted to package all of those common solutions into one framework.  Most of these common problems involve workflow process that arent necessarily direct and would tend to be difficult to model.  Such solutions could be achieved in blackpearl alone, but the workflows would be complex and difficult to follow and maintain over time.  CMF attempts to simplify such scenarios not so much by black-boxing the workflow processes, but by providing different points of entry to the processes allowing them to be simpler, moving the complexity to a middle layer.  It is not a solution in and of itself, development is still required to tie the pieces together. CMF is under continuous development, both a plus and a minus in that bugs are fixed quickly and features added regularly, but it may be difficult to know which versions are the most stable.  CMF is not an officially supported K2 product, which means you will not get technical support but you will get access to the source code. The example given of a business process that would fit well into CMF is that of a file cabinet, where each folder in said file cabinet is a case that contains all of the data associated with one complaint/customer/incident/etc. and various users can access that case at any time and take one of a set of pre-determined actions on it.  When I was given that example, my first thought was that any workflow I have ever developed in the past could be made to fit this model there must be more than just this model to help decide if CMF is the right solution.  As the training went on, we learned that one of the key features of CMF is SharePoint integration as each case gets a SharePoint site created for it, and there are a number of excellent web parts that can be used to design a portal for users to get at all the information on their cases.  While CMF does not require SharePoint, without it you will be missing out on a huge portion of functionality that CMF offers.  My opinion is that without SharePoint integration, you may as well write your workflows and other components the old fashioned way. When I heard that each case gets its own SharePoint site created for it, warning bells immediately went off in my head as I felt that depending on the data load, a CMF enabled solution could quickly overwhelm SharePoint with thousands of sites so we have yet another deciding factor for CMF:  Just how many cases will your solution be creating?  While it is not necessary to use the site-per-case model, it is one of the more useful parts of the framework.  Without it, you are losing a big chunk of what CMF has to offer. When it comes to developing on top of the Case Management Framework, it becomes a matter of configuring what makes up a case, what can be done to a case, where each action on a case should take the user, and then typing up actions to case statuses.  This last step is one that I immediately warmed up to, as just about every workflow Ive designed in the past needed some sort of mapping table to set the status of a work item based on the action being taken definitely one of those common solutions that it is good to see rolled up into a re-useable entity (and it gets a nice configuration UI to boot!).  This concept is a little different than traditional workflow design, in that you dont have to think of an end-to-end process around passing a case along a path, rather, you must envision the case as central object with workflow threads branching off of it and doing their own thing with the case data.  Certainly there can be certain workflow threads that get rather complex, but the idea is that they RELATE to the case, they dont BECOME the case (though it is still possible with action->status mappings to prevent certain actions in certain cases, so it isnt always a wide-open free for all of actions on a case). I realize that this description of the Case Management Framework merely scratches the surface on what the product actually can do, and I dont think Ive conclusively defined for what sort of business scenario you can make a case for Case Management Framework.  What I do hope to have accomplished with this post is to raise awareness of CMF there is a (free!) product out there that could potentially simplify a tangled workflow process and give (for free!) a very useful set of SharePoint web parts and a nice set of (free!) reports.  The best way to see if it will truly fit your needs is to give it a try did I mention it is FREE?  Er, ok, so it is free, but only obtainable at this time for K2 partnersDid you know that DotNetSlackers also publishes .net articles written by top known .net Authors? This post attempts to highlight some of the best practices along with dos & don’ts that our practice has accumulated over the years in the identity & access management space in general, and also in the context of R2, in particular. Best Practices The following section illustrates the leading practices in “How” to plan, implement and sustain a successful OIM deployment, based on our collective experience. Planning is critical, but often overlooked A common approach to planning an IAM program that we identify with our clients is the three step process involving a current state assessment, a future state roadmap and an executable strategy to get there. It is extremely beneficial for clients to assess their current IAM state, perform gap analysis, document the recommended controls to address the gaps, align future state roadmap to business initiatives and get buy in from all stakeholders involved to improve the chances of success. When designing an enterprise-wide solution, the scalability of the technology must accommodate the future growth of the enterprise and the projected identity transactions over several years. Aligning the implementation schedule of OIM to related information technology projects increases the chances of success. As a baseline, it is recommended to match hardware specifications to the sizing guide for R2 published by Oracle. Adherence to this will help ensure that the hardware used to support OIM will not become a bottleneck as the adoption of new services increases. If your Organization has numerous connected applications that rely on reconciliation to synchronize the access data into OIM, consider hosting dedicated instances to handle reconciliation. Finally, ensure the use of clustered environment for development and have at least three total environments to help facilitate a controlled migration to production. If your Organization is planning to implement role based access control, we recommend performing a role mining exercise and consolidate your enterprise roles to keep them manageable. In addition, many Organizations have multiple approval flows to control access to critical roles, applications and entitlements. If your Organization falls into this category, we highly recommend that you limit the number of approval workflows to a small set. Most Organizations have operations managed across data centers with backend database synchronization, if your Organization falls into this category, ensure that the overall latency between the datacenters when replicating the databases is less than ten milliseconds to ensure that there are no front office performance impacts. Ingredients for a successful implementation During the development phase of your project, there are a number of guidelines that can be followed to help increase the chances for success. Most implementations cannot be completed without the use of customizations. If your implementation requires this, it’s a good practice to perform code reviews to help ensure quality and reduce code bottlenecks related to performance. We have observed at our clients that the development process works best when team members adhere to coding leading practices. Plan for time to correct coding defects and ensure developers are empowered to report their own bugs for maximum transparency. Many organizations struggle with defining a consistent approach to managing logs. This is particularly important due to the amount of information that can be logged by OIM. We recommend Oracle Diagnostics Logging (ODL) as an alternative to be used for logging. ODL allows log files to be formatted in XML for easy parsing and does not require a server restart when the log levels are changed during troubleshooting. Testing is a vital part of any large project, and an OIM R2 implementation is no exception. We suggest that at least one lower environment should use production-like data and connectors. Configurations should match as closely as possible. For example, use secure channels between OIM and target platforms in pre-production environments to test the configurations, the migration processes of certificates, and the additional overhead that encryption could impose. Finally, we ask our clients to perform database backups regularly and before any major change event, such as a patch or migration between environments. In the lowest environments, we recommend to have at least a weekly backup in order to prevent significant loss of time and effort. Similarly, if your organization is using virtual machines for one or more of the environments, it is recommended to take frequent snapshots so that rollbacks can occur in the event of improper configuration. Operate & sustain the solution to derive maximum benefits When migrating OIM R2 to production, it is important to perform certain activities that will help achieve a smoother transition. At our clients, we have seen that splitting the OIM tables into their own tablespaces by categories (physical tables, indexes, etc.) can help manage database growth effectively. If we notice that a client hasn’t enabled the Oracle-recommended indexing in the applicable database, we strongly suggest doing so to improve performance. Additionally, we work with our clients to make sure that the audit level is set to fit the organization’s auditing needs and sometimes even allocate UPA tables and indexes into their own table-space for better maintenance. Finally, many of our clients have set up schedules for reconciliation tables to be archived at regular intervals in order to keep the size of the database(s) reasonable and result in optimal database performance. For our clients that anticipate availability issues with target applications, we strongly encourage the use of the offline provisioning capabilities of OIM R2. This reduces the provisioning process for a given target application dependency on target availability and help avoid broken workflows. To account for this and other abnormalities, we also advocate that OIM’s monitoring controls be configured to alert administrators on any abnormal situations. Within OIM R2, we have begun advising our clients to utilize the ‘profile’ feature to encapsulate multiple commonly requested accounts, roles, and/or entitlements into a single item. By setting up a number of profiles that can be searched for and used, users will spend less time performing the same exact steps for common tasks. We advise our clients to follow the Oracle recommended guides for database and application server tuning which provides a good baseline configuration. It offers guidance on database connection pools, connection timeouts, user interface threads and proper handling of adapters/plug-ins. All of these can be important configurations that will allow faster provisioning and web page response times. Many of our clients have begun to recognize the value of data mining and a remediation process during the initial phases of an implementation (to help ensure high quality data gets loaded) and beyond (to support ongoing maintenance and business-as-usual processes). A successful program always begins with identifying the data elements and assigning a classification level based on criticality, risk, and availability. It should finish by following through with a remediation process. Dos & Don’ts Here are the most common dos and don'ts that we socialize with our clients, derived from our experience implementing the solution. Dos Don’ts Scope the project into phases with realistic goals. Look for quick wins to show success and value to the stake holders. Avoid “boiling the ocean” and trying to integrate all enterprise applications in the first phase. Establish an enterprise ID (universal unique ID across the enterprise) earlier in the program. Avoid major UI customizations that require code changes. Have a plan in place to patch during the project, which helps alleviate any major issues or roadblocks (product and database). Avoid publishing all the target entitlements if you don't anticipate their usage during access request. Assess your current state and prepare a roadmap to address your operations, tactical and strategic goals, align it with your business priorities. Avoid integrating non-production environments with your production target systems. Defer complex integrations to the later phases and take advantage of lessons learned from previous phases Avoid creating multiple accounts for the same user on the same system, if there is an opportunity to do so. Have an identity and access data quality initiative built into your plan to identify and remediate data related issues early on. Avoid creating complex approval workflows that would negative impact productivity and SLAs. Identify the owner of the identity systems with fair IdM knowledge and empower them with authority to make product related decisions. This will help ensure overcome any design hurdles. Avoid creating complex designs that are not sustainable long term and would need major overhaul during upgrades. Shadow your internal or external consulting resources during the implementation to build the necessary product skills needed to operate and sustain the solution. Avoid treating IAM as a point solution and have appropriate level of communication and training plan for the IT and business users alike. Conclusion In our experience, Identity programs will struggle with scope, proper resourcing, and more. We suggest that companies consider the suggestions discussed in this post and leverage them to help enable their identity and access program.   • Application Composer Series: Where and When to use Groovy

    This brief post is really intended as more of a reference than an article. The table below highlights two things, firstly where you can add you own custom logic via groovy code (end column), and secondly (middle column) when you might use each particular feature. Obviously this applies only where Application Composer exists, namely Fusion CRM and Oracle Sales Cloud, and is based on current (release 8) functionality. Feature Most Common Use Case Groovy Field Triggers React to run-time data changes. Only fired when the field is changed and upon submit. Y Object Triggers To extend the standard processing logic for an object, based on record creation, updates and deletes. There is a split between these firing events, with some related to UI/ADF actions and others originating in the database. UI Trigger Points: After Create - fires when a new object record is created. Commonly used to set default values for fields. Before Modify - Fires when the end-user tries to modify a field value. Could be used for generic warnings or extra security logic. Before Invalidate - Fires on the parent object when one of its child object records is created, updated, or deleted. For building in relationship logic. Before Remove - Fires when an attempt is made to delete an object record. Can be used to create conditions that prevent deletes. Database Trigger Points: Before Insert in Database - Fires before a new object is inserted into the database. Can be used to ensure a dependent record exists or check for duplicates. After Insert in Database - Fires after a new object is inserted into the database. Could be used to create a complementary record. Before Update in Database -Fires before an existing object is modified in the database. Could be used to check dependent record values. After Update in Database - Fires after an existing object is modified in the database. Could be used to update a complementary record. Before Delete in Database - Fires before an existing object is deleted from the database. Could be used to check dependent record values. After Delete in Database - Fires after an existing object is deleted from the database. Could be used to remove dependent records. After Commit in Database - Fires after the change pending for the current object (insert, update, delete) is made permanent in the current transaction. Could be used when committed data that has passed all validation is required. After Changes Posted to Database - Fires after all changes have been posted to the database, but before they are permanently committed. Could be used to make additional changes that will be saved as part of the current transaction. Y Field Validation Displays a user entered error message based groovy logic validating the field value. The message is shown only when the validation logic returns false, and the logic is triggered only when tabbing out of the field on the user interface. Y Object Validation Commonly used where validation is needed across multiple related fields on the object. Triggered on the submit UI action. Y Object Workflows All Object Workflows are fired upon either record creation or update, along with the option of adding a custom groovy firing condition. Y Field Updates - change another field when a specified one changes. Intended as an easy way to set different run-time values (e.g. pick values for LOV's) plus the value field permits groovy logic entry. Y E-Mail Notification - sends an email notification to specified users/roles. Templates support using run-time value tokens and rich text. N Task Creation - for adding standard tasks for use in the worklist functionality. N Outbound Message - will create and send an XML payload of the related object SDO to a specified endpoint. N Business Process Flow - intended for approval using the seeded process, however can also trigger custom BPMN flows. N Global Functions Utility functions that can be called from any groovy code in Application Composer (across applications). Y Object Functions Utility functions that are local to the parent object. Usually triggered from within 'Buttons and Actions' definitions in Application Composer, although can be called from other code for that object (e.g. from a trigger). Y Add Custom Fields When adding custom fields there are a few places you can include groovy logic. Y Default Value - to add logic within setting the default value when new records are entered. Y Conditionally Updateable - to add logic to set the field to read-only or not. Y Conditionally Required - to add logic to set the field to required or not. Y Formula Field - Used to provide a new aggregate field that is entirely based on groovy logic and other field values. Y Simplified UI Layouts - Advanced Expressions Used for creating dynamic layouts for simplified UI pages where fields and regions show/hide based on run-time context values and logic.     I'm in a unique situation here. I'm only just now a sophomore in high school and I've had a passion for gaming and technology since I was a child. I picked up python at age 9 and have learned 3 other languages since then. I never was good at art or such things, but I can imagine amazing logic devices to carry out game elements I would like to try. I've been researching and finding very vague advice on what needs to be present in order for me to develop. I've attempted at many things, but they never become more than a text-based mess. What education in specific would I need to advance in the game industry? Workflows are never clear to me. I've watched videos on Valve, Zenimax, and many others on how to get from an idea to a product. I've never gotten a finished product, but I've always had the idea clearly in my head.

  • Non Document Centric SharePoint Workflow

    SharePoint workflows are document centric in that the base thing the workflow runs on has to be a thing; be it a document or just a list item. The workflow itself is task based, so stuff a user has to do. Now I can put any sort of code in these tasks that I want to and even put complex InfoPath forms in for the user to perform the task. This has been fine on all my previous workflows. But what if I want the tasks to be actual official forms themselves. The item that the workflow runs on is just some abstract concept like an event. An example could be an accident has happened. There isn't an accident form, but a whole set of forms that need to be completed by different people. Task forms aren't really a nice way to go, because it locks all the forms into the task list. You can only access the forms by not deleting the tasks when complete and going to the workflow summery and following the task links to the InfoPath forms or going straight to the tasks list and doing a filter on particular "accidents". These are official documents so ideally there would be a library for each type of document and the workflow would orchestrate the completion of the right forms. It would mean each task would have to create a new blank form and then link the user to that form. The user would go complete the form but then have to go back to the task form and click yes I've completed it until the workflow could progress. Well this is short of the workflow monitoring the forms library form for some completion trigger. But then it all gets messy with the user experience from clicking the link in the task email, to open the Infopath task form, to clicking the link in the subsequent Infopath library form and then return through these forms on completion. It just gets messy trying to retrofit this non document centric sort of workflow into SharePoint. I would really appreciate any input on what might be the best way to do this. Store the forms as task forms Store the forms as library forms and create/link from the task forms Store the forms as different infopath views, and use a forms library. The workflow would trigger variables that progress the view the infopath form shows. Using the same form template for both task forms and a forms library and when a task form is complete, copy the xml into the forms library to have a official record outside of the workflow. Thanks

  • What is a proper way to store site-level global variables in a SharePoint site?

    One thing that has driven me nuts about SharePoint2007 is the apparent inability to have defineable settings that apply specifically to a site or site collection itself, and not the content. I mean, you have some pre-defined settings like the Site Logo, the Site Name, and various other things, but there doesn't appear to be anywhere to add new kinds of settings. The application I am working on needs to be able to create multiple kinds of "project site collections" that all follow a basic template, but have certain additional settings that apply specifically to that site collection and that one alone. In addition to the standard site name we also need to define the Project Number, the Project Name, and the Client Name. And given the requests of some of our clients, we also reach a point where we have to have configurable settings that alter how some of the workflows work, like whether files are marked with Letters or Numbers. Our current solution, which I'm hesitant about, has been to store an XML file on the SharePoint server. This file contains one node for each site collection, identified by the URL of the root site. Inside the node are all of the elements that need to be defined for that site collection. When we need them, we have to access the XML file (which will always require SPSecurity.RunWithElevatedPrivileges to access files right on the server) every time to load it and retrieve the data. There are a lot of automated processes which will have to do this, and I'm hesitant about the stability of this method when we reach hundreds of sites with thousands of files running tens of thousands of workflows, all wanting to access this file. Maybe they're unfounded worries, but I'd rather worry than risk everything breaking in a couple years. I was looking into the SPWeb object and found the AllProperties hashtable. It looks like just the kind of thing which might work, but I don't know how safe it is to be modifying this. I read through both MSDN and the WSS SDK but found nothing that clarified on adding completely new properties into AllProperties. Is it safe to use AllProperties for this kind of thing? Or is there yet another feature that I am missing, which could handle the concept of global variables at the site collection or site scope?

I would like to find a way to get WF 4.0 invovled but I am not sure how to do it and never see any examples.... Can anyone give me some basic scenerios that I could use WF for?
