  • Build an Organization Chart In Visio 2010

    With trying to manage a business these days, it’s very important to have an Organization Chart to keep everything manageable. Here we’ll show you how to build one in Visio 2010. Need for Organization Charts The need of creating Organization Charts are becoming indispensable these days, as companies start focusing on extensive hiring for far reach availability, increase in productivity and targeting diverse markets. Considering this rigorous change, creating an organization chart can help stakeholders in comprehending the ever growing organization structure & hierarchy with an ease. It shows the basic structure of organization along with defining the relationships between employees working in different departments. Opportunely, Microsoft Visio 2010 offers an easy way to create Organization chart. As before now, orthodox ways of listing organization hierarchy have been used for defining the structure of departments along with communication possible including; horizontal and vertical communications. To transform these lists which defines organizational structure, into a detailed chart, Visio 2010 includes an add-in for importing Excel spreadsheet, which comes in handy for pulling out data from spreadsheet to create an organization chart. Importantly, you don’t need to indulge yourself in maze of defining organizational hierarchies and chalking-out structure, as you just need to specify the column & row headers, along with data you need to import and it will automatically create out chart defining; organizational hierarchies with specified credentials of each employee, categorized in their corresponding departments. Creating Organization Charts in Visio 2010 To start off with, we have created an Excel spreadsheet having fields, Name, Supervisor, Designation, Department and Phone. The Name field contains name of all the employees working in different departments, whereas Supervisor field contains name of supervisors or team leads. This field is vital for creating Organization Chart, as it defines the basic structure & hierarchy in chart. Now launch Visio 2010, head over to View tab, under Add-Ons menu, from Business options, click Organization Chart Wizard. This will start Organization Chart Wizard, in the first step, enable Information that’s already stored in a file or database option, and click Next. As we are importing Excel sheet, select the second option for importing Excel spreadsheet. Specify the Excel file path and click Next to continue. In this step, you need to specify the fields which actually defines the structure of an organization. In our case, these are Name & Supervisor fields. After specifying fields, click Next to Proceed further. As organization chart is primarily for showing the hierarchy of departments/employees working in organization along with how they are linked together, and who supervises whom. Considering this, in this step we will leave out Supervisor field, because it’s inclusion wouldn’t be necessary as Visio automatically chalks-out the basic structure defined in Excel sheet. Add the rest of the fields under Displayed fields category, and click Next. Now choose the fields which you want to include in Organization Chart’s shapes and click Next. This step is about breaking the chart into multiple pages, if you are dealing with 100+ employees, you may want to specify numbers of pages on which Organization Chart will be displayed. But in our case, we are dealing with much less amount of data, so we will enable I want the wizard to automatically break my organization chart across pages option. Specify the name you need to show on the top of the page. If you are having less than 20 hierarchies, enter the name of the highest ranked employee in organization and click Finish to end the wizard. It will instantly create an Organization chart out of specified Excel spreadsheet. Highest ranked employee will be shown on top of the organization chart, supervising various employees from different departments. As shown below, his immediate subordinates further manages other employees and so on. For advance customizations, head over to Org Chart tab, here you will find different groups for setting up the Org Chart’s hierarchy and manage other employees’ positions. Under Arrange group, shapes’ arrangements can be changed and it provides easy navigation through the chart. You can also change the type of the position and hide subordinates of selected employee. From Picture group, you can insert a picture of the employees, departments, etc. From synchronization group, you have the option of creating a synced copy and expanding subordinates of selected employee. Under Organization Data group, you can change whole layout of Organization chart from Display Options including; shape display, show divider, enable/disable imported fields, change block position, and fill colors, etc. If at any point of time, you need to insert new position or announce vacancy, Organization Chart stencil is always available on the left sidebar. Drag the desired Organization Chart shape into main diagram page, to maintain the structure integrity, i.e, for inserting subordinates for a specific employee, drag the position shape over the existing employee shape box. For instance, We have added a consultant in organization, who is directly under CEO, for maintaining this, we have dragged the Consultant box and just dropped it over the CEO box to make the immediate subordinate position. Adding details to new position is a cinch, just right-click new position box and click Properties. This will open up Shape Data dialog, start filling in all the relevant information and click OK. Here you can see the newly created position is easily populated with all the specified information. Now expanding an Organization Chart doesn’t require maintenance of long lists any more.   • VLOOKUP in Excel, part 2: Using VLOOKUP without a database

    In a recent article, we introduced the Excel function called VLOOKUP and explained how it could be used to retrieve information from a database into a cell in a local worksheet.  In that article we mentioned that there were two uses for VLOOKUP, and only one of them dealt with querying databases.  In this article, the second and final in the VLOOKUP series, we examine this other, lesser known use for the VLOOKUP function. If you haven’t already done so, please read the first VLOOKUP article – this article will assume that many of the concepts explained in that article are already known to the reader. When working with databases, VLOOKUP is passed a “unique identifier” that serves to identify which data record we wish to find in the database (e.g. a product code or customer ID).  This unique identifier must exist in the database, otherwise VLOOKUP returns us an error.  In this article, we will examine a way of using VLOOKUP where the identifier doesn’t need to exist in the database at all.  It’s almost as if VLOOKUP can adopt a “near enough is good enough” approach to returning the data we’re looking for.  In certain circumstances, this is exactly what we need. We will illustrate this article with a real-world example – that of calculating the commissions that are generated on a set of sales figures.  We will start with a very simple scenario, and then progressively make it more complex, until the only rational solution to the problem is to use VLOOKUP.  The initial scenario in our fictitious company works like this:  If a salesperson creates more than $30,000 worth of sales in a given year, the commission they earn on those sales is 30%.  Otherwise their commission is only 20%.  So far this is a pretty simple worksheet: To use this worksheet, the salesperson enters their sales figures in cell B1, and the formula in cell B2 calculates the correct commission rate they are entitled to receive, which is used in cell B3 to calculate the total commission that the salesperson is owed (which is a simple multiplication of B1 and B2). The cell B2 contains the only interesting part of this worksheet – the formula for deciding which commission rate to use: the one below the threshold of $30,000, or the one above the threshold.  This formula makes use of the Excel function called IF.  For those readers that are not familiar with IF, it works like this: IF(condition,value if true,value if false) Where the condition is an expression that evaluates to either true or false.  In the example above, the condition is the expression B1<B5, which can be read as “Is B1 less than B5?”, or, put another way, “Are the total sales less than the threshold”.  If the answer to this question is “yes” (true), then we use the value if true parameter of the function, namely B6 in this case – the commission rate if the sales total was below the threshold.  If the answer to the question is “no” (false), then we use the value if false parameter of the function, namely B7 in this case – the commission rate if the sales total was above the threshold. As you can see, using a sales total of $20,000 gives us a commission rate of 20% in cell B2.  If we enter a value of $40,000, we get a different commission rate: So our spreadsheet is working. Let’s make it more complex.  Let’s introduce a second threshold:  If the salesperson earns more than $40,000, then their commission rate increases to 40%: Easy enough to understand in the real world, but in cell B2 our formula is getting more complex.  If you look closely at the formula, you’ll see that the third parameter of the original IF function (the value if false) is now an entire IF function in its own right.  This is called a nested function (a function within a function).  It’s perfectly valid in Excel (it even works!), but it’s harder to read and understand. We’re not going to go into the nuts and bolts of how and why this works, nor will we examine the nuances of nested functions.  This is a tutorial on VLOOKUP, not on Excel in general. Anyway, it gets worse!  What about when we decide that if they earn more than $50,000 then they’re entitled to 50% commission, and if they earn more than $60,000 then they’re entitled to 60% commission? Now the formula in cell B2, while correct, has become virtually unreadable.  No-one should have to write formulae where the functions are nested four levels deep!  Surely there must be a simpler way? There certainly is.  VLOOKUP to the rescue! Let’s redesign the worksheet a bit.  We’ll keep all the same figures, but organize it in a new way, a more tabular way: Take a moment and verify for yourself that the new Rate Table works exactly the same as the series of thresholds above. Conceptually, what we’re about to do is use VLOOKUP to look up the salesperson’s sales total (from B1) in the rate table and return to us the corresponding commission rate.  Note that the salesperson may have indeed created sales that are not one of the five values in the rate table ($0, $30,000, $40,000, $50,000 or $60,000).  They may have created sales of $34,988.  It’s important to note that $34,988 does not appear in the rate table.  Let’s see if VLOOKUP can solve our problem anyway… We select cell B2 (the location we want to put our formula), and then insert the VLOOKUP function from the Formulas tab: The Function Arguments box for VLOOKUP appears.  We fill in the arguments (parameters) one by one, starting with the Lookup_value, which is, in this case, the sales total from cell B1.  We place the cursor in the Lookup_value field and then click once on cell B1: Next we need to specify to VLOOKUP what table to lookup this data in.  In this example, it’s the rate table, of course.  We place the cursor in the Table_array field, and then highlight the entire rate table – excluding the headings: Next we must specify which column in the table contains the information we want our formula to return to us.  In this case we want the commission rate, which is found in the second column in the table, so we therefore enter a 2 into the Col_index_num field: Finally we enter a value in the Range_lookup field. Important:  It is the use of this field that differentiates the two ways of using VLOOKUP.  To use VLOOKUP with a database, this final parameter, Range_lookup, must always be set to FALSE, but with this other use of VLOOKUP, we must either leave it blank or enter a value of TRUE.  When using VLOOKUP, it is vital that you make the correct choice for this final parameter. To be explicit, we will enter a value of true in the Range_lookup field.  It would also be fine to leave it blank, as this is the default value: We have completed all the parameters.  We now click the OK button, and Excel builds our VLOOKUP formula for us: If we experiment with a few different sales total amounts, we can satisfy ourselves that the formula is working. Conclusion In the “database” version of VLOOKUP, where the Range_lookup parameter is FALSE, the value passed in the first parameter (Lookup_value) must be present in the database.  In other words, we’re looking for an exact match. But in this other use of VLOOKUP, we are not necessarily looking for an exact match.  In this case, “near enough is good enough”.  But what do we mean by “near enough”?  Let’s use an example:  When searching for a commission rate on a sales total of $34,988, our VLOOKUP formula will return us a value of 30%, which is the correct answer.  Why did it choose the row in the table containing 30% ?  What, in fact, does “near enough” mean in this case?  Let’s be precise: When Range_lookup is set to TRUE (or omitted), VLOOKUP will look in column 1 and match the highest value that is not greater than the Lookup_value parameter. It’s also important to note that for this system to work, the table must be sorted in ascending order on column 1!   • Outlook 2003 add-in - Getting COM exception on application shutdown after creating WPF window

    Hi! I'm developing an outlook 2003 add-in. Until now I used only winforms to display one form, but today I've added a WPF window for more complex stuff. DUe to the WPF window, a COM exception is being thrown when outlook shuts down. Does anybody know why? I need to start a separate thread for the WPF window in single apartment state.   • OutOfMemoryException with Image.Clone - Only on Windows 2003

    So here's my issue. I have an image that I need to shrink. The original image is a grayscale PNG, which isn't a huge issues except that when I shrink it down, the thermal label printers pickup the artifacts and print them on the label. So, what I did was change the image to black & white (Format1bppIndexed) before resizing, like this: Dim bte() As Byte = System.Convert.FromBase64String(imgStr) Dim ms As New IO.MemoryStream(bte) Dim bmp As New System.Drawing.Bitmap(ms) Dim monoImage As Drawing.Bitmap = New Drawing.Bitmap(1200, 1800, Drawing.Imaging.PixelFormat.Format1bppIndexed) Dim rect As New Drawing.Rectangle(0, 0, 1200, 1800) monoImage = bmp.Clone(rect, Drawing.Imaging.PixelFormat.Format1bppIndexed) And then I resize it. This code works fine on my Windows 7 machine, but when I run it on the Windows 2003 Server box that it calls home, it always throws an OutOfMemoryException when it hits the bmp.Clone line. Any ideas as to what's happening, or perhaps a better solution to converting the image to B&W?

  • Visual Studio .NET 2003 - Ignore Specific Library for libcmt vs libcmtd

    Hi, I have a template VS .NET 2003 project, which colleagues copy and customise when developing their software. It appears the template was altered a while back to set the IgnoreSpecificLibrary property to have libcmt.lib for both release and debug builds (i.e. for both release and debug, the build should ignore libcmt.lib in the linker). Some projects based on this have since been built, with the release build pulling in libcmtd.lib (evident by looking through the project .map file) which appears to have caused some runtime issues (i.e. a dialog window being flashed up as though a breakpoint had been set). Does setting IgnoreSpecificLibrary to exclude libcmt.lib automatically make the project link against libcmtd.lib? What is weird is that building the template (with the incorrect setting) links against libcmt.lib whereas some of the customised projects (though not all) link against libcmtd.lib. Any ideas?

  • Disassemble Microsoft Visual Studio 2003 compiler output

    I'm seeing what I think is strange behaviour from object files output by the Microsoft Visual Studio 2003 tools. The file utility tells me: asmfile.obj: 80386 COFF executable not stripped - version 30821 For objects created by the assembler, but for objects coming from C files, I get just: cfile.obj: data Using Microsoft's dumpbin utility and the objdump I got from cygwin, I can disassemble the assembly-built file, but I get no useful results from either utility for the C-built files. I have a couple of questions related to this difference: What is the object file format generated by the MSVC2003 compiler? How can I disassemble that object file? I am particularly interested in getting the disassembly in AT&T syntax - I'm doing a port of a large source base to make it work with GCC, and I would like to use this method as a shortcut for some of the inline assembly routines in the project. How do I execute a 'Build Solution' once I have the COM object that references the VS2003 instance? How do I get the string contents of the build output window after executing the build solution command? Yes, I am aware that I can build a solution from the command line.   • Outlook 2003 Add-In Setup Project with COM DLL Deployment Problem

    Hi, I developed an Outlook 2003 add-in which uses the com dll redemption. I created a visual studio 2008 setup project, added a custom action to run "caspol.exe -machine -addgroup 1 -strong -hex [key] -noname -noversion FullTrust -n \"Name\" -description \"desc\" and moved the registry keys under software to HKLM as described in http://msdn.microsoft.com/en-us/library/cc136646.aspx#AutoDeployVSTOse_InstallingtheAddinforAllUsers to ensure all-users compatibility. I included the redemption.dll in the setup with vsdrfCOMSelfReg (vsdrfCOM throwed an error). My problem is: When installing the setup on a test machine under an admin account, it runs fine under all users, however when we use the company wide software deployment which runs under a system account the setup executes but the add-in wont load. If I repair the installation with an admin account again it loads just fine. Shouldn't a system account have the required permissions to install all of the components? What options do I have? Thanks for any suggestions.

  • An explanation of memory usage on Windows server 2003

    Hi, We've been working on a bit of puzzle at work. We have an application service installed on two machines, both running Windows server 2003. These services do exactly the same thing. However once loaded, one of the services uses 200mb less than the other service. We're at a bit of a loss to what might be causing this discrepancy. I was wondering if there was some kind of server setting that would cause an application to use more memory (heap block size) or anything to explain this. If anyone has any ideas on what may be causing this, or how to find out what is causing this I'd be very grateful. Cheers Rich

  • Office Communicator and cannot sync Address book error

    We are trying to get OCS 2007 R2 up and running. The clients login fine, but when I let it sit for a while, we still get the address book sync error message of: "Cannot synchronize with the corporate address book. This may be because the proxy server setting in your web browser does not allow access to the address book. If the problem persists, contact your system administrator". When I try and download the file locally, this error comes up: Could not load file or assembly 'ABServerHttpHandler, Version=3.5.0.0, Culture=neutral, PublicKeyToken=31bf3856ad364e35' or one of its dependencies. Failed to grant minimum permission requests. (Exception from HRESULT: 0x80131417) I googled and came across this post (http://social.technet.microsoft.com/Forums/en/ocsaddressbook/thread/c28ff2d8-66a4-456c-a5ad-e445a667e8ed) which suggests removing and reinstalling .NET 2.0 but that didn't seem to resolve the issue either. When we run abserver.exe -validateDB it works properly. We even tried the suggestion from Greg's Blog (http://blogs.technet.com/greganth/archive/2009/03/11/office-communicator-notifications-cannot-synchronize-address-book.aspx) about restarting the web component services but that didn't work either. Still seeing the same issue. So does anyone have an idea of where we go from here?

Please check the name and try again. (this one is different from the other question in that this one has a TLD, it is not a local domain.) Update: I am running a dns server at localhost (127.0.0.1). Even when I change it to use for example opendns, it still can nslookup hostname and ping ip address, but not ping hostname. So what is wrong?   • PDFs and Networked Printers

    Weird issue. We have users printing to networked windows-shared printers (print server Win2003 sp2). Some users have been reporting recently that they can't print PDF documents to particular printers (two example printers are HP 2430 PCL 6 driver and 4250 PCL 6 driver). At first, we found that on many of these systems the "Everyone" object was added to the permissions for the root of the C: volume but had no permissions checked. We added modify privileges to it (these are Deep-Freeze systems, so modifications to these systems that we don't add as administrators won't matter) and they seemed to be able to print. Perhaps Acrobat Reader was writing a temp file for printing where users didn't have permission, we surmised, and made the change and moved on. Yesterday the user called in saying it's not working still. Looked at it; bring up a PDF, click Print and the reader app says that you have to install a printer. Look at the printers folder (Windows XP workstation), and it has printers installed. Print a test page, return to AcroReader, and it will print fine to that printer. The whole time web pages, MS Office documents, etc. print without issue to the same printers. Has anyone seen this issue with Acro Reader 9 and certain network printer drivers or shares involving HP printers? I'd post this to SuperUser but it seems to be associated with a networked printer issue, seems to affect subsets of users but may be more widespread and our users aren't reporting it to us assuming we just know about it, and I've not found rhyme or reason as to why it's affecting just PDF printing and particular printers. The print spoolers are all running on the workstations and print server without errors being logged so far, but I'm going through the logs now to see if I can find anything out of place.

  • Office 365 - Outlook shows Global Address List clicking "Rooms" during a meeting request

    This appears to be a "known" issue, but apparently no fix for it. However, I've been impressed before at the tenacity of the experts here to figure out an answer/fix. ISSUE When booking a New Meeting in Outlook (2013 or 2010) and choosing the Rooms button: The default list that opens is the Offline Global Address List: Which means a user has to change from the Offline Global Address List to the All Rooms list as shown here in order to easily pick from the list of actual rooms/resources: This isn't the default however for On-Premise Exchange servers. They default "correctly" to the All Rooms list when you click the Rooms button in the meeting request. While the option of using the Room Finder is there and does work, users have to know to click the Room Finder choice and it doesn't fix the actual root issue here.   • w2k3 AD DC Demotion fails with "no other AD DC for that domain can be contacted"

    i've a small office with a single w2k3 sp2 DC(bad idea, but it is real), now, i want to make a clean install of that pc, so, i got another one, install w2k3 sp2, add it to the domain, dcpromo and set it to be a GC, untill now everything is ok, then tried to dcpromo in the primary DC, but it fails with The box indicating that this domain controller is the last controller for the domain mydomain.com is unchecked. However, no other Active Directory domain controllers for that domain can be contacted. Do you wish to proceed anyway? If you click Yes, any Active Directory changes that have been made on this domain controller will be lost. So, i started to move all the roles to the new server as described here, when all was ok with the roles, i tried doing the same, but got the same result. Tried moving the DNS to the new server, but it doesn't make difference. Shutdown to the old server, then tried to log into a workstation, but it fails saying the domain is not available, also coudln't add new workstation to the domain, so i have to power on the old server again. So, if i successfully move all the roles and dns to the new server: why dcpromo give such message in the old server? why if i shutdown the old server the domain is not available?? if i successfully move all the roles and dns to the new server, and i click yes when dcpromo give warning in the old server, will i lose all users, computers, ou, etc.? am i missing some steps to make this work?? hope you can help me thanks

WHY? UPDATES I tried making the join query into a separate query and using that as my record source, but it made no difference at all.   • Creating VSTO Excel Template fails

    I have been trying for ages in all sorts of ways (short of ritual incantations and sacrifices) to get Visual Studio Team Edition 2008 to allow me to create Office 2003 solutions, whether those be templates or documents. No matter what I try, I'm always presented with an error which basically says "You've got the wrong version of Office installed. Try installing something compatible". I have the complete installation of Office 2003 Pro installed along with the Office 2003 Primary Interop Assemblies (which I put on after I installed Office) and then VS2008TE as already mentioned. There has to be some reason why this refuses to work, but I'm out of ideas. Help appreciated.

  • What issues ensue from having multiple versions of Office installed?

    My ultimate question is embodied in the title but I thought it might be helpful to others if I detail what instigated my inquiry and my examination of the problem. To me, the first rule of software updates is Primum non nocere -- first, do no harm. So with my Windows 7 system containing both Office 2003 and Office 2010 I blithely proceeded to install this month's updates from Microsoft, containing updates for both versions of Office. While Microsoft officially does not recommend running multiple versions (see, for example, Running Multiple Versions of Microsoft Excel it is possible; I have had two versions installed for a year or more and have never run into an issue before. One thing that is always mentioned is installation order, i.e., the one you want to open files by default should be installed last. I wanted 2010 as my default so I had indeed installed 2003 first then, years later, 2010. So with this round of Windows updates, either it installed patches to 2010 before 2003, knocking out the file association, or the 2003 patch was more comprehensive, in the sense of touching the file association while the 2010 did not. In any case, after updates, double-clicking a .xls file opened 2003 rather than 2010. Web search indicated either: Use the file associations control panel to re-associate .xls files with the correct version of excel. I looked at this first, but it showed what seemed to be an unversioned "Excel" associated with .xls files so I did not check further. (This turned out to be an error on my part; more later.) Re-install versions in the desired order; I find this unreasonable. Run the repair option of the Office installer on the desired version; still seems more work than one should need. Run excel from the command line with "/regserver" on the one to be the default and "/unregserver" on the other. Good idea, but further search indicated that neither 2007 nor 2010 support "/regserver" contrary to some posts (e.g. Default Program With Multiple Versions Installed). Since this was a Windows Update issue and Microsoft provides free support for such, I inquired there as well, but succeeded only in getting the suggestion to uninstall all other versions, period; not acceptable to me. What worked for me was going back to the file associations control panel and manually selected the Office 2010 version of Excel. While it appeared no different in the control panel, it did fix the double-click issue. So if all it takes is this simple fix after an update, I can live with that. What I am wondering is: Has anyone seen any other problems related to having multiple versions of Office installed?

    So I have a form that user's use for data entry, and on one form there is a text box there that is basically used. To enter notes. However, if the user hits i need the cursor to stay in that text box, and start a new line (uh....like word would)....but currently it is jumping to the next control (text box). So is there a simple property setting that would do the trick? Or a VBA method to accomplish? Thanks Justin

  • Printer Redirection from 2003 Terminal Server to 2008 Terminal Server

    Our environment is a terminal server cluster (Win2003 servers) that everyone connects to do do their work. I have set up a new Win2008 R2 machine with the intention of using it to publish our main application to the TS farm. The idea was to keep this server dedicated to one application to avoid driver/dll conflicts with other software. I created a RemoteApp on the new server and made an .rdp file and placed it on the desktop of our TS farm servers. The problem I am running into is that when I connect to the RemoteApp, it doesn't show the printers that are installed on the TS server I am connecting from. We have over 20 printers installed on our TS servers, each with different drivers and permissions. I really do not want to reinstall all of these on the RemoteApp server so I was hoping Printer Redirection would handle this. It would appear that because the RDP client for Server 2003 x64 is 6.0, that version doesn't support the Easy Print feature (requires 6.1). I can't find any newer version on the MS site to download for Win2003 x64. How can I get the printers on the TS farm machine to redirect so they are viewed by the RemoteApp machine?

  • My service does not start on Windows 2008 (it works on Windows 2003)

    When we install our product on Windows 2008 SP2, couple of services fail to start. After trying different things, we figured out that these service were able to start when "Log on as" is set to "Local system account". This service does need to run as a specific user because it requires access to secure resources. The service did run just fine under this special user account under Windows 2003. I am thinking the problem is related to UAC (user access control). Under interactive mode one can elevate permission by answering the security dialog box. How to do the same for a service? How to configure the service so it runs with necessary permissions? Thanks! Couple of notes I would like to add. One solution I tried is to execute the installer as administrator. The service does get installed. However, it creates another problem. An embedded 3rd party product and its files get installed with admin only rights. So we do need to run the installer as logged in user.
