  • How do developers verify that software requirement changes in one system do not violate a requirement of downstream software systems?

    In my work, I do requirements gathering, analysis and design of business solutions in addition to coding. There are multiple software systems and packages, and developers are expected to work on any of them, instead of being assigned to make changes to only 1 system or just a few systems. How developers ensure they have captured all of the necessary requirements and resolved any conflicting requirements? An example of this type of scenario: Bob the developer is asked to modify the problem ticket system for a hypothetical utility repair business. They contract with a local utility company to provide this service. The old system provides a mechanism for an external customer to create a ticket indicating a problem with utility service at a particular address. There is a scheduling system and an invoicing system that is dependent on this data. Bob's new project is to modify the ticket placement system to allow for multiple addresses to entered by a landlord or other end customer with multiple properties. The invoicing system bills per ticket, but should be modified to bill per address. What practices would help Bob discover that the invoicing system needs to be changed as well? How might Bob discover what other systems in his company might need to be changed in order to support the new changes\business model? Let's say there is a documented specification for each system involved, but there are many systems and Bob is not familiar with all of them. End of example. We're often in this scenario, and we do have design reviews but management places ultimate responsibility for any defects (business process or software process) on the developer who is doing the design and the work. Some organizations seem to be better at this than others. How do they manage to detect and solve conflicting or incomplete requirements across software systems? We currently have a lot of tribal knowledge and just a few developers who understand the entire business and software chain. This seems highly ineffective and leads to problems at the requirements level.

  • Imaging: Paper Paper Everywhere, but None Should be in Sight

Yes...I got married before digital photography was mainstream...which means I'm old. But my parents are really old. They have shoeboxes filled with vacation photos on slides (I doubt many of you have even seen a home slide projector...and I hope you never do!). Neither me nor my parents should have shoeboxes filled with any form of photographs whatsoever. They should obviously live in the digital world...with no physical versions in sight (other than a few framed on our walls). Businesses grapple with similar challenges. But instead of shoeboxes, they have file cabinets and warehouses jam packed with paper invoices, legal documents, human resource files, material safety data sheets, incident reports, and the list goes on and on. In fact, regulatory and compliance rules govern many industries, requiring that this paperwork is available for any number of years. It's a real challenge...especially trying to find archived documents quickly and many times with no backup. Which brings us to a set of technologies called Image Process Management (or simply Imaging or Image Processing) that are transforming these antiquated, paper-based processes. Oracle's WebCenter Content Imaging solution is a combination of their WebCenter suite, which offers a robust set of content and document management features, and their Business Process Management (BPM) suite, which helps to automate business processes through the definition of workflows and business rules. Overall, the solution provides an enterprise-class platform for end-to-end management of document images within transactional business processes. It's a solution that provides all of the capabilities needed - from document capture and recognition, to imaging and workflow - to effectively transform your ‘shoeboxes’ of files into digitally managed assets that comply with strict industry regulations. The terminology can be quite overwhelming if you're new to the space, so we've provided a summary of the primary components of the solution below, along with a short description of the two paths that can be executed to load images of scanned documents into Oracle's WebCenter suite. WebCenter Imaging (WCI): the electronic document repository that provides security, annotations, and search capabilities, and is the primary user interface for managing work items in the imaging solution SOA & BPM Suites (workflow): provide business process management capabilities, including human tasks, workflow management, service integration, and all other standard SOA features. It's interesting to note that there a number of 'jumpstart' processes available to help accelerate the integration of business applications, such as the accounts payable invoice processing solution for E-Business Suite that facilitates the processing of large volumes of invoices WebCenter Enterprise Capture (WEC): expedites the capture process of paper documents to digital images, offering high volume scanning and importing from email, and allows for flexible indexing options WebCenter Forms Recognition (WFR): automatically recognizes, categorizes, and extracts information from paper documents with greatly reduced human intervention WebCenter Content: the backend content server that provides versioning, security, and content storage There are two paths that can be executed to send data from WebCenter Capture to WebCenter Imaging, both of which are described below: 1. Direct Flow - This is the simplest and quickest way to push an image scanned from WebCenter Enterprise Capture (WEC) to WebCenter Imaging (WCI), using the bare minimum metadata. The WEC activities are defined below: The paper document is scanned (or imported from email). The scanned image is indexed using a predefined indexing profile. The image is committed directly into the process flow 2. WFR (WebCenter Forms Recognition) Flow - This is the more complex process, during which data is extracted from the image using a series of operations including Optical Character Recognition (OCR), Classification, Extraction, and Export. This process creates three files (Tiff, XML, and TXT), which are fed to the WCI Input Agent (the high speed import/filing module). The WCI Input Agent directory is a standard ingestion method for adding content to WebCenter Imaging, the process for doing so is described below: WEC commits the batch using the respective commit profile. A TIFF file is created, passing data through the file name by including values separated by "_" (underscores). WFR completes OCR, classification, extraction, export, and pulls the data from the image. In addition to the TIFF file, which contains the document image, an XML file containing the extracted data, and a TXT file containing the metadata that will be filled in WCI, are also created. All three files are exported to WCI's Input agent directory. Based on previously defined "input masks", the WCI Input Agent will pick up the seeding file (often the TXT file). Finally, the TIFF file is pushed in UCM and a unique web-viewable URL is created. Based on the mapping data read from the TXT file, a new record is created in the WCI application.  Although these processes may seem complex, each Oracle component works seamlessly together to achieve a high performing and scalable platform. The solution has been field tested at some of the largest enterprises in the world and has transformed millions and millions of paper-based documents to more easily manageable digital assets.   • Introducing Elke Phelps, Guest Author

    I'm very pleased to welcome Elke Phelps as a new contributor to this blog.  Elke needs little introduction to most long-time readers, as she's been a pillar of the E-Business Suite sysadmin community for years.  What's special about this announcement is that Elke is joining this blog's panel of guest authors as a member of my Product Management team in the Oracle E-Business Suite Applications Technology Group.  I am thrilled to have her as part of my team and look forward to her contributions to this blog. Here's a short bio: Elke is a Product Manager in the Oracle E-Business Suite Applications Technology Group.  She joined Oracle in 2011 after having been an Oracle customer and Oracle Technologist (Oracle Database Administrator, Oracle Applications DBA, Technical Architect and Technical Manager of an Oracle Applications DBA Team) since 1993. Elke is the lead author of the Oracle Applications DBA Field Guide (Apress 2006) and Oracle R12 Applications DBA Field Guide (Coqui Tech and Press 2010).  Elke is also the founder of the Oracle Applications User Group (OAUG) E-Business Suite Applications Technology Special Interest Group (SIG) and served as President of the SIG from February 2005 - August 2011.  Elke has been a speaker at Oracle OpenWorld and Collaborate since 2004.  Prior to joining Oracle, Elke was designated an Oracle ACE (2007) and Oracle ACE Director (2009).   Elke has a Computer Science Degree and a Masters of Business Administration from the University of Oklahoma.  In her spare time, Elke enjoys traveling especially to Europe, Puerto Rico and the amazing US National Parks.  Elke also enjoys hiking, antiquing, gardening and cooking.

  • What Should You Look for In a CRM Demo?

    I have helped firms evaluate software demos and delivered demos in diverse industries such as manufacturing, healthcare, life sciences, and travel (to name just a few). Here are a few suggestions. First, which vendor has the best fit for your industry? Make sure that the vendor demo staff tell you clearly throughout the demo (not just in a passing comment), what portion of each business process and screen is standard, what has been configured, what has been custom coded, and what has been provided by a partner. If you don't keep asking, what you buy may be less useful than what you saw. This will lead to added (and unbudgeted) costs and time. Second, what are the roles of the primary users? What are their top-most needs, such as exception-oriented dashboards or rapid data entry? Can you get a demo for each key role, showing how the software fits a typical workday? Have the vendor repeatedly tell you what is standard, configured, custom coded, or provided by a partner. Third, how well does the demo balance ease of use with completeness of business processes? One common approach is to hide needed fields or steps that are of low visual value. Another approach is to focus heavily on a visually appealing capability, while downplaying the fit with your key business processes. Result: despite their business acumen, demo attendees may not focus adequately on gaps in business fit So, look for complete disclosure and complete CRM.   • Reference Data Management and Master Data: Are Relation ?

    Submitted By:  Rahul Kamath  Oracle Data Relationship Management (DRM) has always been extremely powerful as an Enterprise Master Data Management (MDM) solution that can help manage changes to master data in a way that influences enterprise structure, whether it be mastering chart of accounts to enable financial transformation, or revamping organization structures to drive business transformation and operational efficiencies, or restructuring sales territories to enable equitable distribution of leads to sales teams following the acquisition of new products, or adding additional cost centers to enable fine grain control over expenses. Increasingly, DRM is also being utilized by Oracle customers for reference data management, an emerging solution space that deserves some explanation. What is reference data? How does it relate to Master Data? Reference data is a close cousin of master data. While master data is challenged with problems of unique identification, may be more rapidly changing, requires consensus building across stakeholders and lends structure to business transactions, reference data is simpler, more slowly changing, but has semantic content that is used to categorize or group other information assets – including master data – and gives them contextual value. In fact, the creation of a new master data element may require new reference data to be created. For example, when a European company acquires a US business, chances are that they will now need to adapt their product line taxonomy to include a new category to describe the newly acquired US product line. Further, the cross-border transaction will also result in a revised geo hierarchy. The addition of new products represents changes to master data while changes to product categories and geo hierarchy are examples of reference data changes.1 The following table contains an illustrative list of examples of reference data by type. Reference data types may include types and codes, business taxonomies, complex relationships & cross-domain mappings or standards. Reference data carries contextual value and meaning and therefore its use can drive business logic that helps execute a business process, create a desired application behavior or provide meaningful segmentation to analyze transaction data. Further, mapping reference data often requires human judgment. Sample Use Cases of Reference Data Management Healthcare: Diagnostic Codes The reference data challenges in the healthcare industry offer a case in point. Part of being HIPAA compliant requires medical practitioners to transition diagnosis codes from ICD-9 to ICD-10, a medical coding scheme used to classify diseases, signs and symptoms, causes, etc. The transition to ICD-10 has a significant impact on business processes, procedures, contracts, and IT systems. Since both code sets ICD-9 and ICD-10 offer diagnosis codes of very different levels of granularity, human judgment is required to map ICD-9 codes to ICD-10. The process requires collaboration and consensus building among stakeholders much in the same way as does master data management. Moreover, to build reports to understand utilization, frequency and quality of diagnoses, medical practitioners may need to “cross-walk” mappings -- either forward to ICD-10 or backwards to ICD-9 depending upon the reporting time horizon. Spend Management: Product, Service & Supplier Codes Similarly, as an enterprise looks to rationalize suppliers and leverage their spend, conforming supplier codes, as well as product and service codes requires supporting multiple classification schemes that may include industry standards (e.g., UNSPSC, eCl@ss) or enterprise taxonomies. Aberdeen Group estimates that 90% of companies rely on spreadsheets and manual reviews to aggregate, classify and analyze spend data, and that data management activities account for 12-15% of the sourcing cycle and consume 30-50% of a commodity manager’s time. Creating a common map across the extended enterprise to rationalize codes across procurement, accounts payable, general ledger, credit card, procurement card (P-card) as well as ACH and bank systems can cut sourcing costs, improve compliance, lower inventory stock, and free up talent to focus on value added tasks. Change Management: Point of Sales Transaction Codes and Product Codes In the specialty finance industry, enterprises are confronted with usury laws – governed at the state and local level – that regulate financial product innovation as it relates to consumer loans, check cashing and pawn lending. To comply, it is important to demonstrate that transactions booked at the point of sale are posted against valid product codes that were on offer at the time of booking the sale. Since new products are being released at a steady stream, it is important to ensure timely and accurate mapping of point-of-sale transaction codes with the appropriate product and GL codes to comply with the changing regulations. Multi-National Companies: Industry Classification Schemes As companies grow and expand across geographies, a typical challenge they encounter with reference data represents reconciling various versions of industry classification schemes in use across nations. While the United States, Mexico and Canada conform to the North American Industry Classification System (NAICS) standard, European Union countries choose different variants of the NACE industry classification scheme. Multi-national companies must manage the individual national NACE schemes and reconcile the differences across countries. Enterprises must invest in a reference data change management application to address the challenge of distributing reference data changes to downstream applications and assess which applications were impacted by a given change.   • From DBA to Data Analyst

    Cross posted from the PASS Blog There is a lot changing in the data professional’s world these days. More data is being produced and stored. More enterprises are trying to use that data to improve their products and services and understand their customers better. More data platforms and tools seem to be crowding the market. For a traditional DBA this can be a confusing and perhaps unsettling time. It’s also a time that offers great opportunity for career growth. I speak from personal experience. We sometimes refer to the “accidental DBA”, the person who finds herself suddenly responsible for managing the database because she has some other technical skills. While it was not accidental, six months ago I was unexpectedly offered a chance to transition out of my DBA role and become a data analyst. I have since come to view this offer as a gift, though at the time I wasn’t quite sure what to do with it. Throughout my DBA career I’ve gotten support from my PASS friends and colleagues and they were the first ones I turned to for counsel about this new situation. Everyone was encouraging and I received two pieces of valuable advice: first, leverage what I already know about data and second, work to understand the business’ needs. Bringing the power of data to bear to solve business problems is really the heart of the job. The challenge is figuring out how to do that. PASS had been the source of much of my technical training as a DBA, so I naturally started there to begin my Business Intelligence education. Once again the Virtual Chapter webinars, local chapter meetings and SQL Saturdays have been invaluable. I work in a large company where we are fortunate to have some very talented data scientists and analysts. These colleagues have been generous with their time and advice. I also took a statistics class through Coursera where I got a refresher in statistics and an introduction to the R programming language. And that’s not the end of the free resources available to someone wanting to acquire new skills. There are many knowledgeable Business Intelligence and Analytics professionals who teach through their blogs. Every day I can learn something new from one of these experts. Sometimes we plan our next career move and sometimes it just happens. Either way a database professional who follows industry developments and acquires new skills will be better prepared when change comes. Take the opportunity to learn something about the changing data landscape and attend a Business Intelligence, Business Analytics or Big Data Virtual Chapter meeting. And if you are moving into this new world of data consider attending the PASS Business Analytics Conference in April where you can meet and learn from those who are already on that road. It’s been said that “the only thing constant is change.” That’s never been more true for the data professional than it is today. But if you are someone who loves data and grasps its potential you are in the right place at the right time.

  • Introducing Agile development after traditional project inception

    About a year and a half ago, I entered a workplace that claimed to do Agile development. What I learned was that this place has adopted several agile practices (such as daily standups, sprint plannings and sprint reviews) but none of the principles (just in time / just good enough mentality, exposing failure early, rich communication). I've now been tasked with making the team more agile and I've been assured that I have complete buy-in from the devs and the business team. As a pilot program, they've given me a project that just completed 15 months of requirements gathering, has a 110 page Analysis & Design document (to be considered as "written in stone"), and where I have no access to the end users (only to the committee made up of the users' managers who won't actually be using the product). I started small, giving them a list of expected deliverables for the first 5 sprints (leaving the future sprints undefined), a list of goals for the first sprint, and I dissected the A&D doc to get enough user stories to meet the first sprint's goals. Since then, they've asked why we don't have all the requirements for all the sprints, why I haven't started working on stuff for the third sprint (which they consider more important but is based off of the deliverables of the first 2 sprints) and are pressing for even more documentation that my entire IT team considers busy-work or un-related to us (such as writing the user manual up-front, documenting all the data fields from all the sprints up front, and more "up-front" work). This has been pretty rough for me as a new project manager, but there are improvements I have effectively implemented such as scrumban for story management, pair programming, and having the business give us customer acceptance tests up front (as part of the requirements documentation). So my questions are: What can I do to more effectively introduce change to a resistant business? Are there other practices that I can introduce on the IT side to help show the business the benefits of agile? The burden of documentation is strangling us - the business still sees it as a risk management strategy instead of as a risk. What can we do to alleviate their documentation concerns and demands (specifically the quantity of documentation and their need for all of it up front)? We are in a separate building from our business, about 3 blocks away and they refuse to have their people on the project co-habitate b/c that person "won't be able to work on their other projects while they're at our building." They expect us to always go over there and to bundle our questions so that we can ask them all at once and not waste that person's time with "constant interruptions." What can we do to get richer communication from them? Any additional advice would also be appreciated. Thanks!
