    Are you looking for a good free replacement for Microsoft Office, but LibreOffice and OpenOffice are not working out well for you? Then you will definitely want to have a look at Kingsoft Office Suite Free 2012, which you can download as a suite or as individual apps. As soon as the installation has completed you will see this window. All relevant file types are checked by default, but you may deselect any that you do not want associated with Kingsoft Office before clicking Close. Special Note: See further below for additional information about the extra formats (i.e. Office 2007 & 2010) that the suite will open. Here is a quick overall view of what the Writer App window looks like. Each of the three apps in the suite will open with the New Document Pane displayed by default on the right side of the window.     Earlier this month, I had a fantastic time presenting at DevReach 2013, in Sofia, Bulgaria on Oct 1, 2013. DevReach strives to be the premier developer conference in Central and Eastern Europe. It is organized annually in Sofia, Bulgaria. The 8th edition of the conference is moving to a new and bigger venue: Sofia Event Center. In my career, I have presented over 9 different countries (India, USA, Canada, Singapore, Hong Kong, Malaysia, Sri Lanka, Nepal, Thailand), this was the first time for me to present in Europe. DevReach was perfect places to start my journey in Europe as an evangelist. The event was one of the most organized event I have ever come across in my life.   • Remove Office 2010 Beta and Reinstall Office 2007

    Have you tried out the Office 2010 beta, but want to go back to Office 2007?  Here’s a step-by-step tutorial on how to remove your Office 2010 beta and reinstall your Office 2007. The Office 2010 beta will expire on October 31, 2010, at which time you may see a dialog like the one below.  At that time, you will need to either upgrade to the final release of Office 2010, or reinstall your previous version of Office. Our computer was running the Office 2010 Home and Business Click to Run beta, and after uninstalling it we reinstalled Office 2007 Home and Student.  This was a Windows Vista computer, but the process will be exactly the same on Windows XP, Vista, or Windows 7.  Additionally, the process to reinstall Office 2007 will be exactly the same regardless of the edition of Office 2007 you’re using. However, please note that if you are running a different edition of Office 2010, especially the 64 bit version, the process may be slightly different.  We will cover this scenario in another article. Remove Office 2010 Click to Run Beta: To remove Office 2010 Click to Run Beta, open Control Panel and select Uninstall a Program. If your computer is running Windows 7, enter “Uninstall a program” in your Start menu search. Scroll down, select “Microsoft Office Click-to-Run 2010 (Beta)”, and click the Uninstall button on the toolbar.  Note that there will be two entries for Office, so make sure to select the “Click-to-Run” entry. This will automatically remove all of Office 2010 and its components.  Click Yes to confirm you want to remove it. Office 2010 beta uninstalled fairly quickly, and a reboot will be required.  Once your computer is rebooted, Office 2010 will be entirely removed. Reinstall Office 2007 Now, you’re to the easy part.  Simply insert your Office 2007 CD, and it should automatically startup the setup.  If not, open Computer and double-click on your CD drive.   Now, double-click on setup.exe to start the installation. Enter your product key, and click Continue…   Click Install Now, or click Customize if you want to change the default installation settings. Wait while Office 2007 installs…it takes around 15 to 20 minutes in our experience.  Once it’s finished  close the installer. Now, open one of the Office applications.  A popup will open asking you to activate Office.  Make sure you’re connected to the internet, and click next; otherwise, you can select to activate over the phone if you do not have internet access. This should only take a minute, and Office 2007 will be activated and ready to run. Everything should work just as it did before you installed Office 2010.  Enjoy! Office Updates Make sure to install the latest updates for Office 2007, as these are not included in your disk.  Check Windows Update (search for Windows Update in the Start menu search), and install all of the available updates for Office 2007, including Service Pack 2. Conclusion This is a great way to keep using Office even if you don’t decide to purchase Office 2010 after it is released.  Additionally, if you’re were using another version of Office, such as Office 2003, then reinstall it as normal after following the steps to remove Office 2010.   • How To Activate Your Free Office 2007 to 2010 Tech Guarantee Upgrade

    Have you purchased Office 2007 since March 5th, 2010?  If so, here’s how you can activate and download your free upgrade to Office 2010! Microsoft Office 2010 has just been released, and today you can purchase upgrades from most retail stores or directly from Microsoft via download.  But if you’ve purchased a new copy of Office 2007 or a new computer that came with Office 2007 since March 5th, 2010, then you’re entitled to an absolutely free upgrade to Office 2010.  You’ll need enter information about your Office 2007 and then download the upgrade, so we’ll step you through the process. Getting Started First, if you’ve recently purchased Office 2007 but haven’t installed it, you’ll need to go ahead and install it before you can get your free Office 2010 upgrade.  Install it as normal.   Once Office 2007 is installed, run any of the Office programs.  You’ll be prompted to activate Office.  Make sure you’re connected to the internet, and then click Next to activate. Get your Free Upgrade to Office 2010 Now you’re ready to download your upgrade to Office 2010.  Head to the Office Tech Guarantee site (link below), and click Upgrade now. You’ll need to enter some information about your Office 2007.  Check that you purchased your copy of Office 2007 after March 5th, select your computer manufacturer, and check that you agree to the terms. Now you’re going to need the Product ID number from Office 2007.  To find this, open Word or any other Office 2007 application.  Click the Office Orb, and select Options on the bottom. Select the Resources button on the left, and then click About. Near the bottom of this dialog, you’ll see your Product ID.  This should be a number like: 12345-123-1234567-12345   Go back to the Office Tech Guarantee signup page in your browser, and enter this Product ID.  Select the language of your edition of Office 2007, enter the verification code, and then click Submit. It may take a few moments to validate your Product ID. When it is finished, you’ll be taken to an order page that shows the edition of Office 2010 you’re eligible to receive.  The upgrade download is free, but if you’d like to purchase a backup DVD of Office 2010, you can add it to your order for $13.99.  Otherwise, simply click Continue to accept. Do note that the edition of Office 2010 you receive may be different that the edition of Office 2007 you purchased, as the number of editions has been streamlined in the Office 2010 release.  Here’s a chart you can check to see what edition you’ll receive.  Note that you’ll still be allowed to install Office on the same number of computers; for example, Office 2007 Home and Student allows you to install it on up to 3 computers in the same house, and your Office 2010 upgrade will allow the same. Enter your name, select your country, and click Create My Account.  Note that Office will send Office 2010 tips to your email address; if you don’t wish to receive them, you can unsubscribe from the emails later.   Finally, you’re ready to download Office 2010!  Click the Download Now link to start downloading Office 2010.  Your Product Key will appear directly above the Download link, so you can copy it and then paste it in the installer when your download is finished.  You will additionally receive an email with the download links and product key, so if your download fails you can always restart it from that link. If your edition of Office 2007 included the Office Business Contact Manager, you will be able to download it from the second Download link.  And, of course, even if you didn’t order a backup DVD, you can always burn the installers to a DVD for a backup.   Install Office 2010 Once you’re finished downloading Office 2010, run the installer to get it installed on your computer.  Enter your Product Key from the Tech Guarantee website as above, and click Continue. Accept the license agreement, and then click Upgrade to upgrade to the latest version of Office.   The installer will remove all of your Office 2007 applications, and then install their 2010 counterparts.  If you wish to keep some of your Office 2007 applications instead, click Customize and then select to either keep all previous versions or simply keep specific applications. By default, Office 2010 will try to activate online automatically.  If it doesn’t activate during the install, you’ll need to activate it when you first run any of the Office 2010 apps.   Conclusion The Tech Guarantee makes it easy to get the latest version of Office if you recently purchased Office 2007.  The Tech Guarantee program is open through the end of September, so make sure to grab your upgrade during this time.  Actually, if you find a great deal on Office 2007 from a major retailer between now and then, you could also take advantage of this program to get Office 2010 cheaper. Microsoft has made an interactive guide to Office 2010’s new interface to help users learn their way around the new version.  If you’ve already used Office 2007, then Office 2010 will be very easy to transition to, but if you’re still using Office 2003 you may find the learning curve more steep.  With this interactive guide, upgrading your Office skills doesn’t have to be hard. Learn Your Way Around the Office Ribbon Open the Office 2010 interactive guides site (link below) in your browser, and select the Office app you want to explore. The guides are powered by Silverlight, so if you don’t already have it installed you will be prompted to do so. Once the guide has loaded, click Start to begin. Select any menu or toolbar item in the Office 2003 mockup.  A tooltip will appear to show you how to find this option in Word 2010. If you click the item, the interface will switch to an Office 2010 mockup and will interactively show you how to access this feature.  The Thumbnails view isn’t available by default in Word 2010, so it shows us how to add it to the ribbon.  When you’ve figured this command out, click anywhere to go back to the Office 2003 mockup and find another item. Currently the guides are available for Word, Excel, and PowerPoint, but the site says that guides for the other Office apps will be available soon.  Here’s the PowerPoint guide showing where the Rehearse Timings option is in PowerPoint 2010. Install the Interactive Guides to Your Computer You can also install the guides to your computer so you can easily access them even if you’re not online.  Open the guide you want to install, and click the Install button in the top right corner of the guide. Choose where you want the shortcuts, and click Ok. Here’s the Interactive Word 2010 guide installed on our computer.  The downloaded version seemed to work faster in our tests, likely because all the content was already saved to the computer.  If you decide you don’t need it any more, click Uninstall in the top right corner.   • How to Disable the Auto-Complete Feature in Outlook 2013

    The Auto-Complete feature in Outlook 2013 automatically fills in names and email addresses for you when entering them in the To or Cc fields. Based on the characters you start to enter, Outlook displays a list of possible choices that match what you’ve entered. You can then either click the desired email address from the list or press Enter to insert the email address in the list. The Auto-Complete feature can save you time if you compose a lot of emails and have a lot of contacts in your address book. However, you do have to be careful when using the feature, so you don’t accidentally select the wrong email address and send an email to the wrong person. If you find the feature irritating and don’t want to use it, you can easily disable it. To disable the Auto-Complete feature, open Outlook and click the FILE tab.

  • How to Assign a Default Signature in Outlook 2013

    If you sign most of your emails the same way, you can easily specify a default signature to automatically insert into new email messages and replies and forwards. This can be done directly in the Signature editor in Outlook 2013. We recently showed you how to create a new signature. You can also create multiple signatures for each email account and define a different default signature for each account. When you change your sending account when composing a new email message, the signature would change automatically as well. NOTE: To have a signature added automatically to new email messages and replies and forwards, you must have a default signature assigned in each email account. If you don’t want a signature in every account, you can create a signature with just a space, a full stop, dashes, or other generic characters. To assign a default signature, open Outlook and click the File tab. Click Options in the menu list on the left side of the Account Information screen. On the Outlook Options dialog box, click Mail in the list of options on the left side of the dialog box. On the Mail screen, click Signatures in the Compose messages section. To change the default signature for an email account, select the account from the E-mail account drop-down list on the top, right side of the dialog box under Choose default signature. Then, select the signature you want to use by default for New messages and for Replies/forwards from the other two drop-down lists. Click OK to accept your changes and close the dialog box. Click OK on the Outlook Options dialog box to close it. You can also access the Signatures and Stationery dialog box from the Message window for new emails and drafts. Click New Email on the Home tab or double-click an email in the Drafts folder to access the Message window. Click Signature in the Include section of the New Mail Message window and select Signatures from the drop-down menu.   • How to Add Your Gmail Account to Outlook 2013 Using IMAP

    If you use Outlook to check and manage your email, you can easily use it to check your Gmail account as well. You can setup your Gmail account to allow you to synchronize email across multiple machines using email clients instead of a browser. We will show you how to use IMAP in your Gmail account so you can synchronize your Gmail account across multiple machines, and then how to add your Gmail account to Outlook 2013. To setup your Gmail account to use IMAP, sign in to your Gmail account and go to Mail. Click the Settings button in the upper, right corner of the window and select Settings from the drop-down menu. On the Settings screen, click Forwarding and POP/IMAP. Scroll down to the IMAP Access section and select Enable IMAP. Click Save Changes at the bottom of the screen. Close your browser and open Outlook. To begin adding your Gmail account, click the File tab. On the Account Information screen, click Add Account. On the Add Account dialog box, you can choose the E-mail Account option which automatically sets up your Gmail account in Outlook. To do this enter your name, email address, and the password for your Gmail account twice. Click Next. The progress of the setup displays. The automatic process may or may not work. If the automatic process fails, select Manual setup or additional server types, instead of E-mail Account, and click Next. On the Choose Service screen, select POP or IMAP and click Next. On the POP and IMAP Account Settings enter the User, Server, and Logon Information. For the Server Information, select IMAP from the Account Type drop-down list and enter the following for the incoming and outgoing server information: Incoming mail server: imap.googlemail.com Outgoing mail server (SMTP): smtp.googlemail.com Make sure you enter your full email address for the User Name and select Remember password if you want Outlook to automatically log you in when checking email. Click More Settings. On the Internet E-mail Settings dialog box, click the Outgoing Server tab. Select the My outgoing server (SMTP) requires authentication and make sure the Use same settings as my incoming mail server option is selected. While still in the Internet E-mail Settings dialog box, click the Advanced tab. Enter the following information: Incoming server: 993 Incoming server encrypted connection: SSL Outgoing server encrypted connection TLS Outgoing server: 587 NOTE: You need to select the type of encrypted connection for the outgoing server before entering 587 for the Outgoing server (SMTP) port number. If you enter the port number first, the port number will revert back to port 25 when you change the type of encrypted connection. Click OK to accept your changes and close the Internet E-mail Settings dialog box. Click Next. Outlook tests the accounts settings by logging into the incoming mail server and sending a test email message. When the test is finished, click Close. You should see a screen saying “You’re all set!”. Click Finish. Your Gmail address displays in the account list on the left with any other email addresses you have added to Outlook. Click the Inbox to see what’s in your Inbox in your Gmail account. Because you’re using IMAP in your Gmail account and you used IMAP to add the account to Outlook, the messages and folders in Outlook reflect what’s in your Gmail account. Any changes you make to folders and any time you move email messages among folders in Outlook, the same changes are made in your Gmail account, as you will see when you log into your Gmail account in a browser. This works the other way as well. Any changes you make to the structure of your account (folders, etc.) in a browser will be reflected the next time you log into your Gmail account in Outlook.

  • How to Use the Signature Editor in Outlook 2013

    The Signature Editor in Outlook 2013 allows you to create a custom signature from text, graphics, or business cards. We will show you how to use the various features of the Signature Editor to customize your signatures. To open the Signature Editor, click the File tab and select Options on the left side of the Account Information screen. Then, click Mail on the left side of the Options dialog box and click the Signatures button. For more details, refer to one of the articles mentioned above. Changing the font for your signature is pretty self-explanatory. Select the text for which you want to change the font and select the desired font from the drop-down list. You can also set the justification (left, center, right) for each line of text separately. The drop-down list that reads Automatic by default allows you to change the color of the selected text. Click OK to accept your changes and close the Signatures and Stationery dialog box. To see your signature in an email, click Mail on the Navigation Bar. Click New Email on the Home tab. The Message window displays and your default signature is inserted into the body of the email. NOTE: You shouldn’t use fonts that are not common in your signatures. In order for the recipient to see your signature as you intended, the font you choose also needs to be installed on the recipient’s computer. If the font is not installed, the recipient would see a different font, the wrong characters, or even placeholder characters, which are empty square boxes. Close the Message window using the File tab or the X button in the upper, right corner of the Message window. You can save it as a draft if you want, but it’s not necessary. If you decide to use a font that is not common, a better way to do so would be to create a signature as an image, or logo. Create your image or logo in an image editing program making it the exact size you want to use in your signature. Save the image in a file size as small as possible. The .jpg format works well for pictures, the .png format works well for detailed graphics, and the .gif format works well for simple graphics. The .gif format generally produces the smallest files. To insert an image in your signature, open the Signatures and Stationery dialog box again. Either delete the text currently in the editor, if any, or create a new signature. Then, click the image button on the editor’s toolbar. On the Insert Picture dialog box, navigate to the location of your image, select the file, and click Insert. If you want to insert an image from the web, you must enter the full URL for the image in the File name edit box (instead of the local image filename). For example, http://www.somedomain.com/images/signaturepic.gif. If you want to link to the image at the specified URL, you must also select Link to File from the Insert drop-down list to maintain the URL reference. The image is inserted into the Edit signature box. Click OK to accept your changes and close the Signatures and Stationery dialog box. Create a new email message again. You’ll notice the image you inserted into the signature displays in the body of the message. Close the Message window using the File tab or the X button in the upper, right corner of the Message window. You may want to put a link to a webpage or an email link in your signature. To do this, open the Signatures and Stationery dialog box again. Enter the text to display for the link, highlight the text, and click the Hyperlink button on the editor’s toolbar. On the Insert Hyperlink dialog box, select the type of link from the list on the left and enter the webpage, email, or other type of address in the Address edit box. You can change the text that will display in the signature for the link in the Text to display edit box. Click OK to accept your changes and close the dialog box. The link displays in the editor with the default blue, underlined text. Click OK to accept your changes and close the Signatures and Stationery dialog box. Here’s an example of an email message with a link in the signature. Close the Message window using the File tab or the X button in the upper, right corner of the Message window. You can also insert your contact information into your signature as a Business Card. To do so, click Business Card on the editor’s toolbar. On the Insert Business Card dialog box, select the contact you want to insert as a Business Card. Select a size for the Business Card image from the Size drop-down list. Click OK. The Business Card image displays in the Signature Editor. Click OK to accept your changes and close the Signatures and Stationery dialog box. When you insert a Business Card into your signature, the Business Card image displays in the body of the email message and a .vcf file containing your contact information is attached to the email. This .vcf file can be imported into programs like Outlook that support this format. Close the Message window using the File tab or the X button in the upper, right corner of the Message window. You can also insert your Business Card into your signature without the image or without the .vcf file attached. If you want to provide recipients your contact info in a .vcf file, but don’t want to attach it to every email, you can upload the .vcf file to a location on the internet and add a link to the file, such as “Get my vCard,” in your signature. NOTE: If you want to edit your business card, such as applying a different template to it, you must select a different View other than People for your Contacts folder so you can open the full contact editing window.

In this article I am going to explain how to install SharePoint in a two server farm. I prepared 2 servers, both of them joined to a domain(SP2013Domain), and in one server I installed SQL Server 2012 (Server name: SP2013_DB). Now I am going to install SharePoint 2013 in the second server (Server Name: SP2013). The following domain accounts are created for the installation.   User Account Purpose Server roles required SQLService - SQL Server service account - This account is used as the service account for SQL Server. - domain user account / local account spSetup - You will be running SharePoint setup and SharePoint products and configuration wizard using this account. -domain user account - Member of the Administrators group on each server on which Setup is run(In our case SP2013) - SQL Server login on the computer running SQL Server - Member of the Server admin SQL Server security role spDataaccess - Configure and manage server farm. This - Application pool identity for central admin website - Microsoft SharePoint Foundation Workflow Timer Service Domain user account (Other permissions will be set to this account automatically)   The above are the minimum list of accounts needed for SharePoint 2013 installation. Now you need additional accounts for services, application pool identities for web applications etc. Refer the service accounts requirements for SharePoint from the below link. http://technet.microsoft.com/en-us/library/cc263445.aspx In order to install SharePoint 2013 login to the server using setup account(spsetup). Now run the setup from the installation media. First you need to install the pre-requisites. During the installation process, the server may restart several times. The installation wizard will guide you through the installation. In the next step, you need to agree on the terms and conditions as usual. Once you click next, the installation will start immediately. The installation wizard will let you know the progress of the installation. During the installation you may receive notifications to restart the server, you need to just click the finish button so that the system will be restarted. Once all the pre-requisites are installed, you will get the success message as below. Click finish to close the dialog. Now from the media, run the setup again and this time you choose install SharePoint server. In the next screen, you need to enter the product key, and then click continue. Now you need to agree on the terms and conditions for SharePoint 2013, and click continue. Choose the file location as per your policies and click on the install now button. You will see the installation progress. Once completed, you will see the installation completed dialog. Make sure you select the run products and configuration wizard option and click close. From the start screen, click next to start the configuration wizard. You will receive warning telling you some of the services will be stopped during the installation. Select “create new server farm” radio button and click next. In the next step, you need to enter the configuration database settings. Enter the database server details and then specify the database access account. You need to specify the farm account(spdataaccess). The wizard will grant additional privileges to the account as needed. In the next step you need to specify the passphrase, you need to note this as you need this passphrase if you add additional server to the farm. In the next step, you need to enter the central administration website port and security settings. You can choose a port or just keep it as suggested by the wizard. Click next, you will see the summary of what you have been selected. Verify the selected settings and if you want to change any, just click back and change them, or click continue to start the configuration. The configuration may take some time, you can view the progress, in case of any error, you will get the log file, you need to fix any error and again start the configuration wizard. Once the configuration successful, you will see the success message. Just click finish. Now you can browse the central administration website. It is good to check the health analyzer to review whether there are any errors/warnings. No warnings/errors indicate a good installation. Two-Server architecture is the least configuration for production environments. For small firms with less number of employees can implement SharePoint 2013 using this topology and as the workload increases, they can add more servers to the farm without reconstructing everything.

  • How to Add a Note to an Email Message in Outlook 2013

    There may be times when you want to add a note to an email message you received. Maybe you need to remember something about the sender or the contents of the email. There are several ways to add a note to an email message. NOTE: You can also create a new task containing an email message you received. This is useful if you need to do something related to the email. The new task will contain all the contents (except attachments) from the email. One method of adding a note to an email message is to flag the message. To do this, right-click on the flag icon in the flag column for the message to which you want to add a note. Select Custom from the popup menu. On the Custom dialog box, you can select a ready-made note from the Flag to drop-down list. You can also type a custom note in the Flag to edit box. Select a Start date and a Due date and setup a reminder, if desired. Click OK. The flag displays above the body of the email message when you double-click on the message to open it in the Message window. You can also put the cursor in the subject line of the message and add text to it, as shown below. When you close the message window, a confirmation dialog box displays asking if you want to save your changes. To save the note you added to the subject line, click Yes. Your note displays as part of the subject line on the message in your list of email messages. You can also add a note to the body of an email message. To do this, you must enable editing of the message. Double-click the message to open the Message window. Click Actions in the Move section of the Message tab and select Edit Message from the drop-down menu. Click in the body of the message and type your note. When you close the Message window, a confirmation dialog box displays asking if you want to save your changes. Click Yes to save you note in the body of the email. You can see the note you added if it is visible as part of the first line of the body displayed in the list of email messages. Use the Notes section of Outlook to create a separate note you can attach to an email message. To do this, click the … button on the Navigation Bar and select Notes from the popup menu. Click New Note on the Home tab of the Notes window (or press Ctrl + N) to create a note. Enter the text for your note in the small note window that displays and click the X button to close the note, saving it. To attach the note to the email message, make sure the Mail section of Outlook is active. Double-click on the message onto which you want to attach the note. Leaving the Message window open, go back to the main Outlook window and select Notes from the Navigation Bar, as mentioned above. Drag the note you created to the message window. The note is added to the message as an attachment. When you close the Message window, a confirmation dialog box displays asking if you want to save your changes. To save the message with your note added as an attachment, click Yes. A paperclip icon is added to the message in the list of email messages, indicating there is an attachment in the message. When you add a note to an email message as an attachment using the Notes section of Outlook, you don’t have to keep the original note. The note is now saved with the message, and can be deleted from the Notes section.

    Do you use the Windows Calculator to perform quick calculations while building spreadsheets in Excel? You can save time by adding the Calculator to the Quick Access Toolbar in Excel so you don’t have to leave the program to access the Calculator. To do this, click the down arrow on the right side of the Quick Access Toolbar and select More Commands from the drop-down menu. On the Quick Access Toolbar screen on the Excel Options dialog box, select Commands Not in the Ribbon from the Choose commands from drop-down list. Scroll down in the long list and select Calculator. Click Add to add the Calculator to the Quick Access Toolbar. Click OK to accept the change and close the Excel Options dialog box. You’ll see a Calculator icon on the Quick Access Toolbar. When you move your mouse over the icon, a hint displays saying “Custom.” Despite the label, when you click the icon, the Windows Calculator opens. The same procedure works for adding the Windows Calculator to Excel 2010, as well.

  • How to Export Multiple Contacts in Outlook 2013 to Multiple vCards or a Single vCard

    We’ve shown you how to export a contact to and import a contact from a vCard (.vcf) file. However, what if you want to export multiple contacts at the same time to multiple vCard files or even a single vCard file? Outlook doesn’t allow you to directly export all your contacts as vCard files or as a single vCard file, but there is a way to accomplish both tasks. Export Multiple Contacts to Multiple vCard Files Outlook allows you to forward contact information as a vCard. You can also select multiple contacts and forward them all at once. This feature allows you to indirectly export multiple contacts at once to multiple vCard files. Click the People tab to access your contacts. Select all the contacts you want to export using the Shift and Ctrl keys as needed. Select Contacts the same way you would select files in Windows Explorer. Click Forward Contact in the Share section on the Home tab and select As a Business Card from the drop-down menu. The selected contacts attached to a new email message as .vcf files. To select all the attached .vcf files, right-click in the Attached box and select Select All from the popup menu. Make sure the folder to which you want to export the contacts is open in Windows Explorer. Drag the selected attached .vcf files from the new email message to the open folder in Windows Explorer. A .vcf file is created for each contact you selected and dragged to the folder. You can close the Message window by clicking on the X in the upper, right corner of the window. NOTE: You can also close the Message window by clicking the File tab. Then, click the Close option on the left. Because you already have your .vcf files, you don’t need to save or send the message, so click No when asked if you want to save your changes. If it turns out that a draft of your message was saved, the following message displays. Click No to delete the draft. Export Multiple Contacts to a Single vCard (.vcf) File If you would rather export your contacts to a single vCard (.vcf) File, there is a way to do this using Gmail. We’ll export the contacts from Outlook as a .csv file and then use Gmail to convert the .csv file to a .vcf file. Select the contacts you want to export on the People page and click the File tab. On the Account Information screen, click Open & Export in the list on the left. On the Open screen, click Import/Export. The Import and Export Wizard displays. Select Export to a file from the Choose an action to perform list and click Next. In the Create a file of type box, select Comma Separated Values. Click Next. Contacts should be already selected in the Select folder to export from box. If not, select it. Click Next. Click Browse to the right of the Save exported file as box. Navigate to the folder to which you want to export the .csv file. Enter a name for the file in the File name edit box, keeping the .csv extension. The path you selected is entered into the Save exported file as edit box. Click Next. The final screen of the Export to a File dialog box displays listing the action to be performed. Click Finish to begin the export process. Once the export process is finished, you will see the .csv file in the folder in Windows Explorer. Now, we will import the .csv file into Gmail. Go to Gmail and sign in to your account. Click Gmal in the upper, left corner of the main page and select Contacts from the drop-down menu. On the Contacts page, click More above your list of contacts and select Import from the drop-down menu. Click Browse on the Import contacts dialog box that displays. Navigate to the folder in which you saved the .csv file and select the file. Click Open. Click Import on the Import contacts dialog box. A screen displays listing the contacts you imported, but not yet merged into your main Gmail contacts list. Select the contacts you imported. NOTE: The contacts you imported may be the only contacts in this list. If that’s the case, they all should be automatically selected. Click More and select Export from the drop-down menu. On the Export contacts dialog box, select Selected contacts to indicate which contacts you want to export. NOTE: We could have selected The group Imported 10/10/13 because that contains the same two contacts as the Selected contacts. Select vCard format for the export format. Click Export. Gmail creates a contacts.vcf file containing the selected contacts and asks you whether you want to open the file with Outlook or save the file. To save the file, select the Save File option and click OK. Navigate to the folder in which you want to save the contacts.vcf file, change the name of the file in the File name edit box, if desired, and click Save. The .vcf file is saved to the selected directory and contains all the contacts you exported from Outlook. This could be used as a way to backup your contacts in one file. You could also backup the .csv file. However, if you have a lot of contacts you will probably find that the .vcf file is smaller. We only exported two contacts, and our .csv file was 2 KB, while the .vcf file was 1 KB. We will be showing you how to import multiple contacts from a single .vcf file into Outlook soon.

  • How to Create a New Signature in Outlook 2013

    If you sign your emails the same way most of the time, you can create signatures in Outlook that you can attach to your emails. Easily create a signature for business emails and a different one for personal emails. To create a new signature, open Outlook and click the File tab. Click Options in the menu list on the left side of the Account Information screen. On the Outlook Options dialog box, click Mail in the list of options on the left side of the dialog box. On the Mail screen, click Signatures in the Compose messages section. Click New under the Select signature to edit box on the Signatures and Stationery dialog box. A dialog box displays asking for a name for this signature. Enter a descriptive name in the edit box and click OK. You are returned to the Signatures and Stationery dialog box and the name you entered displays in the Select signature to edit box. If it’s the only signature, it will be automatically selected. Enter the text for your signature in the Edit signature box. Select the text and apply font, size, and other character and paragraph formatting as desired. Click OK to accept your changes and close the dialog box. Click OK on the Outlook Options dialog box to close it. Now, when you create a new email message, the default signature is added to the body of your email automatically. If you only have one signature set up, that will be the default signature. Then, you discover that it would look better if the rows were the columns and the columns were the rows. How do you accomplish this easily? There is an easy way to convert your rows to columns and vice versa using the Transpose feature in Excel. We’ll show you how. Select the cells containing the headings and data you want to transpose. Click Copy or press Ctrl + C. Click in a blank cell on the spreadsheet. This cell will be the top, left corner of the new table of data. Click the down arrow on the Paste button and select Paste Special from the drop-down menu. On the Paste Special dialog box, select the Transpose check box so there is a check mark in the box and click OK. The rows become the columns and the columns become the rows. The original set of data still exists. You can select those cells and delete the headings and data, if desired. Isn’t that a lot easier and faster than retyping all your data?

  • How to Create a Task From an Email Message in Outlook 2013

    If you need to do something related to an email message you received, you can easily create a task from the message in Outlook. A task can be created that contains all the content of the message without requiring you to re-enter the information. Creating a task in Outlook from an email message is different from flagging the message. As it says on Microsoft’s site: “When you flag an email message, the message appears in the To-Do List in Tasks and on the Tasks peek. However, if you delete the message, it also disappears from the To-Do List in Tasks and on the Tasks peek. Flagging a message doesn’t create a separate task.” Using the method described below to create a task from an email message, the task is separate from the message. The original message can be deleted or changed and the related task will not be affected. In Outlook, make sure the Mail section is active. If not, click Mail on the Navigation Bar at the bottom of the Outlook window. Then, click on the message you want to add to a task and drag it to Tasks on the Navigation Bar. A new Task window displays containing the email message and allowing you to enter the subject of the task, the Start and Due dates, Status, Priority, among other settings. When you have specified the settings for the task, click Save & Close in the Actions section of the Task tab. When the Task window closes, the Mail section is still active. If you move your mouse over Tasks on the Navigation Bar, a snippet from the new task displays in a popup window (the Task peek). Click Tasks to go to the Tasks section of Outlook. The To-Do List displays with your newly-added task listed in the middle pane. The right pane displays the details of the task and the contents of the message included in the task (as pictured at the beginning of this article). Click on Tasks to see a complete listing of all your tasks, including the one you just added from your email message. Note that attachments in an email message added to a new task are not copied to the task. You can also create new tasks by dragging contacts, calendar items, and notes to Tasks on the Navigation Bar.

  • How to Create a Send/Receive Group for RSS Feeds in Outlook 2013

    If you choose to manually update your RSS feeds on demand, there is a way to do this without having to send and receive your email at the same time. You can create a special Send/Receive Group for your RSS feeds. NOTE: If you choose to not have your RSS feeds updated automatically, creating a separate Send/Receive Group for your RSS feeds is useful so you can update them when you want to. To begin creating a new Send/Receive Group, click the File tab. Click Options in the menu on the left side of the Account Information screen. On the Outlook Options dialog box, click Advanced in the left pane list of menu options. In the right pane, scroll down to the Send and receive section and click the Send/Receive button. On the Send/Receive Groups dialog box, click New next to the list of groups. On the Send/Receive Group Name dialog box, enter a name, such as “RSS Feeds On Demand Only,” in the edit box and click OK. For all the other Accounts, except RSS, in the list on the left, de-select the Include RSS Feeds in this Send/Receive group check box so there is NO check mark in the box. Click RSS under Accounts, and make sure the Include RSS Feeds in this Send/Receive group check box is selected. NOTE: If you want to have a separate Send/Receive group for each RSS Feed or group certain RSS feeds together, you can turn on and off specific feeds in the lower half of the Send/Receive Settings dialog box. If you decide to do this, you might specify a more appropriate name for each Send/Receive group for the RSS feeds. Click OK to accept your changes and close the Send/Receive dialog box. Make sure your new Send/Receive group is selected in the list of groups on the Send/Receive Groups dialog box. De-select all the options under Setting for group section at the bottom of the dialog box and click Close. This prevents this group from being updated when you click the general Send/Receive button to retrieve your email. Click OK on the Outlook Options dialog box. To manually update your RSS feeds, click the Send / Receive tab. Click Send/Receive Groups and select your new group from the drop-down list. You can change, rename, or remove any Send/Receive Groups you create by accessing the Send/Receive Groups dialog box again.

  • How to Modify a Signature for Use in Plain Text Emails in Outlook 2013

    If you’ve created a signature with an image, links, text formatting, or special characters, the signature will not look the same in plain text formatted emails as it does in HTML format. As the name suggests, Plain Text does not support any type of formatting. For example, if you include an image in your signature, as shown below, the plain text version will be blank. Active links in HTML signatures will be converted to just the text of the link in plain text emails. The How-To Geek link in the image below will become simply How-To Geek and will look like the rest of the text in the signature. The same thing is true in the following example. The active links are stripped from the text. The picture of the envelope that was inserted using the Wingdings font will only display as the plain text character associated with it. There are times you may need to send email in Plain Text format, but still include your signature. You can edit the plain text version of your signature to make it look good in plain text emails by manually editing the text file. To do this, click the File tab. Click Options in the menu list on the left side of the Account Information screen. On the Outlook Options dialog box, click Mail in the list of options on the left side of the dialog box. In the Compose messages section, press and hold the Ctrl key and click the Signatures button. This opens the Signatures folder containing the files used to insert signatures into emails. The .txt file version of each signature is used when inserting a signature into a plain text email. Double-click on a .txt file for the signature you want to edit to open it in Notepad, or your default text editor. Notice that the links on “How-To Geek” and “Email me” are gone and the envelope typed using the Wingdings font was converted to an “H.” Edit the text file to remove extra characters, replace images, and provide full web and email links. Save the text file. Create a new mail message and select the edited signature, if it’s not the default signature for the current email account. To convert the email to plain text, click the Format Text tab and click Plain Text in the Format section. The Microsoft Outlook Compatibility Checker displays telling you that Formatted text will become plain text. Click Continue. The HTML version of your signature is converted to the plain text version. NOTE: You should make a backup of the .txt signature file you edited, as this file will change again when you change your signature in the Signature Editor.

    Jumping to a specific page in Word is a common task and easy to do using the Find and Replace dialog box. You can also use this same tab to jump from one table directly to the next table in your document. Your cursor does not have to be in a table to jump to the next table. Put the cursor in any paragraph or table and press F5 or use the Ctrl + G keystroke combination to open the Find and Replace dialog box. The Go To tab is automatically selected. Select Table from the Go to what list and click Next. The next table in your document is selected and the Find and Replace dialog box stays open.

  • How to Apply a Business Card Template to a Contact and Customize it in Outlook 2013

    If you want to add a business card template to an existing contact in Outlook, you can do so without having to enter all of the information again. We will also show you how to customize the layout and format of the text on the card. Microsoft provides a couple of business card templates you can use. We will use their Blue Sky template as an example. To open the archive file for the template you downloaded, double-click on the .cab file. NOTE: You can also use a tool like 7-Zip to open the archive. A new Extract tab becomes available under Compressed Folder Tools and the files in the archive are listed. Select the .vcf file in the list of files. This automatically activates the Extract tab. Click Extract To and select a location or select Choose location if the desired location is not on the drop-down menu. Select a folder in which you want to save the .vcf file on the Copy Items dialog box and click Copy. NOTE: Use the Make New Folder button to create a new folder for the location, if desired. Double-click on the .vcf file that you copied out of the .cab archive file. By default, .vcf files are associated with Outlook so, when you double-click on a .vcf file, it automatically opens in a Contact window in Outlook. Change the Full Name to match the existing contact to which you want to apply this template. Delete the other contact info from the template. If you want to add any additional information not in the existing contact, enter it. Click Save & Close to save the contact with the new template. The Duplicate Contact Detected dialog box displays. To update the existing contact, select the Update information of selected Contact option. Click Update. NOTE: If you want to create a new contact from this template, select the Add new contact option. With the Contacts folder open (the People link on the Navigation Bar), click Business Card in the Current View section of the Home tab. You may notice that not all the fields from your contact display on the business card you just updated. Double-click on the contact to update the contact and the business card. On the Contact window, right-click on the image of the business card and select Edit Business Card from the popup menu. The Edit Business Card dialog box displays. You can change the design of the card, including changing he background color or image. The Fields box allows you to specify which fields display on the business card and in what order. Notice, in our example, that Company is listed below the Full Name, but no text displays on the business card below the name. That’s because we did not enter any information for Company in the Contact. We have information in Job Title. So, we select Company and click Remove to remove that field. Now, we want to add Job Title. First, select the field below which you want to add the new field. We select Full Name to add the Job Title below that. Then, we click Add and select Organization | Job Title from the popup menu to insert the Job Title. To make the Job Title white like the name, we select Job Title in the list of Fields and click the Font Color button in the Edit section. On the Color dialog box, select the color you want to use for the text in the selected field. Click OK. You can also make text bold, italic, or underlined. We chose to make the Job Title bold and the Full Name bold and italic. We also need to remove the Business Phone because this contact only has a mobile phone number. So, we add a Mobile Phone from the Phone submenu. Then, we need to remove enough blank lines so the Mobile Phone is visible on the card. We also added a website and email address and removed more blank lines so they are visible. You can also move text to the right side of the card or make it centered on the card. We also changed the color of the bottom three lines to blue. Click OK to accept your changes and close the dialog box. Your new business card design displays on the Contact window. Click Save & Close to save the changes you made to the business card for this contact and close the Contact window. The final design of the business card displays in the Business Card view on the People screen. If you have a signature that contains the business card for the contact you just updated, you will also need to update the signature by removing the business card and adding it again using the Business Card button in the Signature editor. You can also add the updated Business Card to a signature without the image or without the vCard (.vcf) file.
