    A new patchset for 10.1.3.4.0 and 10.1.3.4.1 is available on Metalink. some notes: The patch number is 9791839. This patchset includes 28 new bug fixes since the last patchset release on March 31. This is a culmulative update that includes all the fixes and enhancements from previous updates. The patch will supercede the other two updates. Install instructions are in the readme inside the patch There is also a new BIP client patch available, 9821068. No new template building features to my knowledge but there is an update to the template viewer to allow you to test and debug you siny new Excel templates.   • How to switch off wifi on startup or from the console

    I have installed ubuntu 10.04 on a laptop. Wifi is switched on by default on startup. I can disable it rightclicking the network manager icon in the gnome bar. How can I set it to have wifi switched off as default? Alternatively, how can I switch off wifi on the console? I tried already the rfkill command but it does not list any devices and it does not switch off wifi, I tried different parameters. This is a standard install of the Ubuntu 10.04 i386 Desktop Live CD on an IBM T40 Laptop.   • How customers view and interact with a company

    The Harvard Business Review article written by Rayport and Jaworski is aptly titled “Best Face Forward” because it sheds light on how customers view and interact with a company. In the past most business interaction between customers was performed in a face to face meeting where one party would present an item for sale and then the other would decide whether to purchase the item. In addition, if there was a problem with a purchased item then they would bring the item back to the person who sold the item for resolution. One of my earliest examples of witnessing this was when I was around 6 or 7 years old and I was allowed to spend the summer in Tennessee with my Grandparents. My Grandfather had just written a book about the local history of his town and was selling them to his friends and local bookstores. I still remember he offered to pay me a small commission for every book I helped him sell because I was carrying the books around for him. Every sale he made was face to face with his customers which allowed him to share his excitement for the book with everyone. In today’s modern world there is less and less human interaction as the use of computers and other technologies allow us to communicate within seconds even though both parties may be across the globe or just next door. That being said, customers view a company through multiple access points called faces that represent the ability to interact without actually seeing a human face. As a software engineer this is a good and a bad thing because direct human interaction and technology based interaction have both good and bad attributes based on the customer. How organizations coordinate business and IT functions, to provide quality service varies based on each individual business and the goals and directives put in place by its management. According to Rayport and Jaworski, the type of interaction used through a particular access point may lend itself to be people-dominate, machine-dominate, or a combination of both. The method by which a company communicates information through an access point is a strategic choice that relates costs and customer outcomes. To simplify this, the choice is based on what can give the customer the best experience interacting with the company when the cost of the interaction is also a factor. I personally see examples of this every day at work. The company website is machine-dominate with people updating and maintaining information, our groups department is people dominate because most of the customer interaction is done at the customers location and is backed up by machine based data sources, and our sales/member service department is a hybrid because employees work in tandem with machines in order for them to assist customers with signing up or any other issue they may have. The positive and negative aspects of human and machine interfaces are a key aspect in deciding which interface to use when allowing customers to access a company or a combination of the two. Rayport and Jaworski also used MIT professor Erik Brynjolfsson preliminary catalog of human and machine strengths. He stated that humans outperform machines in judgment, pattern recognition, exception processing, insight, and creativity. I have found this to be true based on the example of how sales and member service reps at my company handle a multitude of questions and various situations with a lot of unknown variables. A machine interface could never effectively be able to handle these scenarios because there are too many variables to consider and would not have the built-in logic to process each customer’s claims and needs. In addition, he also stated that machines outperform humans in collecting, storing, transmitting and routine processing. An example of this would be my employer’s website. Customers can simply go online and purchase a product without even talking to a sales or member services representative. The information is then stored in a database so that the customer can always go back and review there order, and access their selected services. A human, no matter how smart they are would never be able to keep track of hundreds of thousands of customers let alone know what they purchased or how much they paid. In today’s technology driven economy every company must offer their customers multiple methods of accessibly in order to survive. The more of an opportunity a company has to create a positive experience for their customers, in my opinion, they more likely the customer will return to that company again.   • Parallel MSBuild FTW - Build faster in parallel

    Hey everyone, I just discovered this great post yesterday that shows how to have msbuild build projects in parallel Basically all you need to do is pass the switches “/m:[NumOfCPUsToUse] /p:BuildInParallel=true” into MSBuild. Example to use 4 cores/processes (If you just pass in “/m” it will use all CPU cores): MSBuild /m:4 /p:BuildInParallel=true "C:\dev\Client.sln" Obviously this trick will only be useful on PCs with multi-core CPUs (which we should all have by now) and solutions with multiple projects; So there’s no point using it for solutions that only contain one project.  Also, testing shows that using multiple processes does not speed up Team Foundation Database deployments either in case you’re curious Also, I found that if I didn’t explicitly use “/p:BuildInParallel=true” I would get many build errors (even though the MSDN documentation says that it is true by default). The poster boasts compile time improvements up to 59%, but the performance boost you see will vary depending on the solution and its project dependencies.  I tested with building a solution at my office, and here are my results (runs are in seconds): # of Processes 1st Run 2nd Run 3rd Run Avg Performance 1 192 195 200 195.67 100% 2 155 156 156 155.67 79.56% 4 146 149 146 147.00 75.13% 8 136 136 138 136.67 69.85%   So I updated all of our build scripts to build using 2 cores (~20% speed boost), since that gives us the biggest bang for our buck on our solution without bogging down a machine, and developers may sometimes compile more than 1 solution at a time.  I’ve put the any-PC-safe batch script code at the bottom of this post. The poster also has a follow-up post showing how to add a button and keyboard shortcut to the Visual Studio IDE to have VS build in parallel as well (so you don’t have to use a build script); if you do this make sure you use the .Net 4.0 MSBuild, not the 3.5 one that he shows in the screenshot.  While this did work for me, I found it left an MSBuild.exe process always hanging around afterwards for some reason, so watch out (batch file doesn’t have this problem though).  Also, you do get build output, but it may not be the same that you’re used to, and it doesn’t say “Build succeeded” in the status bar when completed, so I chose to not make this my default Visual Studio build option, but you may still want to.   • SharePoint 2010 Diagnostic Studio Remote Diag

    I have had some time this week to try out some tools that I have been meaning to try out. This week I am trying out the SP 2010 Diagnostic Studio. I installed it successfully and tried it on my development evironment. I was able to build a report and a snapshot of the environment. I decided to turn my attention to my Employer's intranet environment. This would allow me to analyze it and measure it against benchmarks. I didn't want to install the Diagnostic studio on the Production Envorinment, lucky for me, the Diagnostic studio can be run remotely, well...kind of. Issue My development environment is a stand alone, full installation of SharePoint 2010 Server. It has Office 2010, SQL 2008 Enterprise, a DC...well you get the point, it's jammed packed! But more importantly it's a stand alone, self contained VM environment. Well Microsoft has instructions as to how to connect remotely with Diagnostic Studio here. The deciving part of this is that the SP2010DS prompts you for credentails. So I thought I was getting the right account to run the reports. I tried all the Power Shell commands in the link above but I still ended up getting the following errors: 06/28/2011 12:50:18    Connecting to remote server failed with the following error message : The WinRM client cannot process the request...If the SPN exists, but CredSSP cannot use Kerberos to validate the identity of the target computer and you still want to allow the delegation of the user credentials to the target computer, use gpedit.msc and look at the following policy: Computer Configuration -> Administrative Templates -> System -> Credentials Delegation -> Allow Fresh Credentials with NTLM-only Server Authentication.  Verify that it is enabled and configured with an SPN appropriate for the target computer. For example, for a target computer name "myserver.domain.com", the SPN can be one of the following: WSMAN/myserver.domain.com or WSMAN/*.domain.com. Try the request again after these changes. For more information, see the about_Remote_Troubleshooting Help topic. 06/28/2011 12:54:47    Access to the path '\\<targetserver>\C$\Users\<account logging in>\AppData\Local\Temp' is denied. You might also get an error message like this: The WinRM client cannot process the request. A computer policy does not allow the delegation of the user credentials to the target computer. Explanation After looking at the event logs on the target environment, I noticed that there were a several Security Exceptions. After looking at the specifics around who was denied access, I was able to see the account that was being denied access, it was the client machine administrator account. Well of course that was never going to work!!! After some quick Googling, the last error message above will lead you to edit the Local Group Policy on the client server. And although there are instructions from microsoft around doing this, it really will not work in this scenario. Notice the Description and how it only applices to authentication mentioned? Resolution I can tell you what I did, but I wish there was a better way but I simply don't know if it's duable any other way. Because my development environment had it's own DC, I didn't really want to mess with Kerberos authentication. I would also not be smart to connect that server to the domain, considering it has it's own DC. I ended up installing SharePoint 2010 Diagnostic Studio on another Windows 7 Dev environment I have, and connected the machien to the domain. I ran all the necesary remote credentials commands mentioned here. Those commands add the group policy for you! Once I did this I was able to authenticate properly and I was able to get the reports. Conclusion   You can run SharePoint 2010 Diagnostic Studio Remotely but it will require some specific scenarions. A couple of things I should mention is that as far as I understand, SP2010 DS, will install agents on your target environment to run tests and retrieve the data. I was a Farm Administrator, and also a Server Admin on SharePoint Server. I am not 100% sure if you need all those permissions but I that's just what I have to my internal intranet.   I deally I would like to have a machine that I can have SharePoint 2010 DIagnostic Studio installed and I can run that against client environments. It appears that I will not be able to do that, unless I enable Kerberos on my Windows 7 Machine now. If you have it installed in the same way I would like to have it, please let me know, I'll keep trying to get what I'm after. Hope this helps someone out there doing the same.

    So I have a very simple vertex shader as follows #version 120 attribute vec3 position; attribute vec3 inColor; uniform mat4 mvp; varying vec3 fragColor; void main(void){ fragColor = inColor; gl_Position = mvp * vec4(position, 1.0); } Which I load, as well as the fragment shader: #version 120 varying vec3 fragColor; void main(void) { gl_FragColor = vec4(fragColor,1.0); } Which I then load, compile, and link to my shader program. I check for link status using glGetProgramiv(shaderProgram, GL_LINK_STATUS, &shaderSuccess); which returns GL_TRUE so I think its ok.   • Customer Experience and BPM – From Efficiency to Engagement

    Over the last few years, focus of BPM has been mainly to improve the businesses efficiency. To create more efficient processes, to remove bottlenecks, to automate processes. That still holds true and why not? Isn’t BPM all about continuous improvement? BPM facilitates and requires business and IT collaboration. But business also requires working with customer. Do we not want to get close to and collaborate with our customers? This is where Social BPM takes BPM a step further. It not only allows people within an organization to collaborate to design exceptional processes, not only lets them collaborate on resolving a case but also let them engage with the customers. Engaging with customer means, first of all, connecting with them on their terms and turf. Take a new account opening process. Can a customer call you and initiate the process? Can a customer email you, or go to the website and initiate the process? Can they tweet you and initiate the process? Can they check the status of process via any channel they like? Can they take a picture of damaged package delivery and kick-off a returns process from their mobile device, with GIS data? Yes, these are various aspects to consider during process design if the goal is better customer experience and engagement. Of course, we want to be efficient and agile, but the focus here needs to be the customer. Now when the customer is tweeting about your products, posting on Facebook and Yelp about their experience with your company (and your process), you need to seek out that information. You need to gather and analyze the customer’s feedback on the social media and use that information to improve the processes and products. This is an excellent source of product and process ideation. So BPM is no longer only about improving back-office process efficiency, it is moving into a new and exciting phase of improving frontline customer facing processes, customer experience and engagement.   • Live CD has black screen HP DV6

    Attempting to install/try ubuntu (11.10, 12.04) on my new laptop, using a liveCD (and tried USB). I get the purple screen (with the man/keyboard at the bottom) and after that the screen flashes bright white before going black. Ubuntu continues to load in the background, with login sound etc but the screen is off. I have tried as many different solutions as I could find including: using nomodestep, xforcevesa, i915.modeset=0, and also now i915.modeset=1 in boot options (seperately): varying consequences, but either I end up at a blinking cursor with no prompt, a command line (startx fails: no screen found), or the original blank screen again Tried booting from VirtualBox - it crashes at the same place the screen would go blank when using a CD/USB tried 11.04: I don't have this problem BUT when trying to install, I get a ubi-partman error 141 (possibly down to the three partitions that came on my laptop... not sure why HP needed there own separate partition for HP Tools...) Model: HP Pavillion DV6 6B08SA Processor: AMD Quad-Core A6-3410MX APU with Radeon HD 6545G2 Dual Graphics (1.6 GHZ 4 MB L2 cache ) Chipset: AMD RS880M Any help would be greatly appreciated. I just want to be able to partition the drive and install Ubuntu. I'm assuming the issue is graphics card related, although I have no confirmation of that. Update: Tried the ?orkarounds on https://wiki.ubuntu.com/X/Troubleshooting/BlankScreen - set gfxpayload=text changed nothing, removing splash did nothing and setting vesafb.nonsense=1 did nothing either. According to IBM.com, an ESB is a flexible connectivity infrastructure for integrating applications and services; it offers a flexible and manageable approach to service-oriented architecture implementation. With this being said, it is my personal belief that ESBs are an important architectural piece to any SOA. Additionally, generic design patterns have been created around the integration of web services in to ESB regardless of any vendor. ESB design patterns, according to Philip Hartman, can be classified in to the following categories: Interaction Patterns: Enable service interaction points to send and/or receive messages from the bus Mediation Patterns: Enable the altering of message exchanges Deployment Patterns: Support solution deployment into a federated infrastructure Examples of Interaction Patterns: One-Way Message Synchronous Interaction Asynchronous Interaction Asynchronous Interaction with Timeout Asynchronous Interaction with a Notification Timer One Request, Multiple Responses One Request, One of Two Possible Responses One Request, a Mandatory Response, and an Optional Response Partial Processing Multiple Application Interactions Benefits of the Mediation Pattern: Mediator promotes loose coupling by keeping objects from referring to each other explicitly, and it lets you vary their interaction independently Design an intermediary to decouple many peers Promote the many-to-many relationships between interacting peers to “full object status” Examples of Interaction Patterns: Global ESB: Services share a single namespace and all service providers are visible to every service requester across an entire network Directly Connected ESB: Global service registry that enables independent ESB installations to be visible Brokered ESB: Bridges services that are reluctant to expose requesters or providers to ESBs in other domains Federated ESB: Service consumers and providers connect to the master or to a dependent ESB to access services throughout the network References: Mediator Design Pattern.     Games Are Everywhere How many of you (will admit to) remember playing Pong? OK then, do you play Angry Birds on your phone during work hours? Thought about why we keep playing online, video, and mobile games and what this "gamification" business we're hearing about means for the enterprise applications user experience? In Reality Is Broken: Why Games Make Us Better and How They Can Change the World, Jane McGonigal says that playing computer and online games now provides more rewards for people than their real lives do. Games offer intrinsic rewards and happiness to the players as they pursue more satisfying work and the success, social connection, and meaning that goes with it. Yep, Gran Turismo, Dungeons & Dragons, Guitar Hero, Mario Kart, Wii Boxing, and the rest are all forms of work it seems. Games are, in fact, work taken so seriously that governments now move to limit the impact of virtual gaming currencies on the real financial system. Anyone who spends hours harvesting crops on FarmVille realizes it’s hard work too. Yet games evoke a positive emotion in players who voluntarily stay engaged with games for hours, day after day. Some 183 million active gamers in the United States play on average 13 hours per week. Weekly, 5 million of those gamers play for longer than a working week (45 hours). So why not harness the work put into games to solve real-world problems? Or, in the case of our applications users, real-world work problems? What’s a Game? Jane explains that all games have four defining traits: a goal, rules, a feedback system, and voluntary participation. We need to look at what motivational ideas behind the dynamics of the game—what we call gamification—are appropriate for our users. Typically, these motivators are achievement, altruism, competition, reward, self-expression, and status). Common game techniques for leveraging these motivations include: Badging and avatars Points and awards Leader boards Progress charts Virtual currencies or goods Gifting and giving Challenges and quests Some technology commentators argue for a game layer on top of everything, but this layer is already part of our daily lives in many instances. We see gamification working around us already: the badging and kudos offered on My Oracle Support or other Oracle community forums, becoming a Dragon Slayer implementor of Atlassian applications, being made duke of your favorite coffee shop on Yelp, sharing your workout details with Nike+, or donating to Japanese earthquake relief through FarmVille, for example. Identity Management as a key factor in the Customer Experience process To create the biggest value for customers and also future employees, companies need to connect their HCM or CRM-systems with powerful Identity management solutions.   • Using HBase or Cassandra for a token server

    I've been trying to figure out how to use HBase/Cassandra for a token system we're re-implementing. I can probably squeeze quite a lot more from MySQL, but it just seems it has come to clinging on to the wrong tool for the task just because we know it well. Eventually will hit a wall (like happened to us in other areas). Naturally I started looking into possible NoSQL solutions. The prominent ones (at least in terms of buzz) are HBase and Cassandra. The story is more or less like this: A user can send a gift other users. Each gift has a list of recipients or is public in which case limited by number or expiration date For each gift sent we generate some token that uniquely identifies that gift. For each gift we track the list of potential recipients and their current status relating to that gift (accepted, declinded etc). A user can request to see all his currently pending gifts A can request a list of users he has sent a gift to today (used to limit number of gifts sent) Required the ability to "dump" or "ignore" expired gifts (x day old gifts are considered expired) There are some other requirements but I believe the above covers the essentials. How would I go and model that using HBase or Cassandra? Well, the wall was performance. A few 10s of millions of records per day over 2 tables kept for 2 weeks (wish I could have kept it for more but there was no way). The response times kept getting slower and slower until eventually we had to start cutting down number of days we kept data. Caching helps here but it's not an ideal solution since a big part of the ops are updates. Also, as I hinted in my original post. We use MySQL extensively. We know exactly what it can and can't do both in naive implementations followed by native partitioning and finally by horizontally sharding our dataset on the application level to reside on multiple DB nodes. It can be done, but that's not really what I'm trying to get from this. I asked a very specific question about designing a solution using a NoSQL solution since it's very hard to find examples for designs out there. Brainlag, not trying to come off as rude. I actually appreciate it a lot that you are the only one who even bothered to respond. but I see it over and over again. People ask questions and others assume they have no idea what they're talking about and give an irrelevant answer. Ignore RDBMS please. The question is about nosql.

Could anyone give me a hint? Sorry I've never used webservices before.

  • Disk drive for / not ready on boot after upgrade from 10.04 to 12.04

    After upgrading (using the Upgrade button from the update manager) from 10.04.4 to 12.04.1, I cannot boot anymore. Upon booting, I am greeted with the Ubuntu logo and the error "The disk drive for / is not ready yet or not present". I have the option to wait, to skip and to access a basic shell. Waiting overnight did nothing, skipping just gives me the same error for /tmp, /home, then for a UUID and finally it just goes to a black screen with a white "_" in the top left corner. My setup is a dual boot one with XP on a single hard drive, I use separate partitions for / and /home. Back in the day I installed 8.04 directly from the CD while leaving a partition for XP, which I installed after. This setup had never caused any such issues, even when upgrading from 8.04 to 10.04. I have done plenty of research regarding this issue, as many others seem to have had similar issues after doing the same upgrade as me. However, while for most what fixed the problem was running: apt-get -f install after remounting / in read-write, it didn't do it for me. I got dependency errors (see here), which I also investigated. I found https://bugs.launchpad.net/ubuntu/+source/python-defaults/+bug/990740 where most people say the solution that worked is (prior to running the above command) running: apt-get install -o APT::Immediate-Configure=false -f apt python-minimal but that also got me a lot of dependencies errors as output (see here), similar to #34 in the above thread. I also read that running: dpkg --configure -a could help, at first it wouldn't run because it had trouble parsing /var/lib/dpkg/status since there was an extra blank line in a package description (see https://bugs.launchpad.net/ubuntu/+source/dpkg/+bug/916799) but I removed it using vim (and then reran the command). It still gives me output that looks like an error, though. Here it is: http://paste.ubuntu.com/1338074/. I also tried re-running the above apt-get commands after that, to no avail. I'm running out of things to try in the hope of getting this fixed, your help would be very much appreciated! Thank you in advance.

  • Once installed geos library (C++, and C), and then trying to install rgeos package (R), it reports geos-config missing!

    Knowing that the package rgeos, from the R language, requieres a prior installation of geos libraries, I installed, both, libgeos and libgeos-c1 (3.2.2), using the synaptic installer in my Ubuntu 12.04 (32 bit) machine. Then I tried to install rgeos directly from the R console, and it issued a message in the sense that geos-config was not found.     I don't have access to company firewall server. but supposedly the port 1720 is open on my one ubuntu server.   • Reading a ZFS USB drive with Mac OS X Mountain Lion

    The problem: I'm using a MacBook, mainly with Solaris 11, but something with Mac OS X (ML). The only missing thing is that Mac OS X can't read my external ZFS based USB drive, where I store all my data. So, I decided to look for a solution. Possible solution: I decided to use VirtualBox with a Solaris 11 VM as a passthrough to my data. Here are the required steps: Installing a Solaris 11 VM Install VirtualBox on your Mac OS X, add the extension pack (needed for USB) Plug your ZFS based USB drive on your Mac, ignore it when asked to initialize it. Create a VM for Solaris (bridged network), and before installing it, create a USB filter (in the settings of your Vbox VM, go to Ports, then USB, then add a new USB filter from the attached device "grey usb-connector logo with green plus sign")  Install a Solaris 11 VM, boot it, and install the Guest addition check with "ifconfg -a" the IP address of your Solaris VM Creating a path to your ZFS USB drive In MacOS X, use the "Disk Utility" to unmount the USB attached drive, and unplug the USB device. Switch back to VirtualBox, select the top of the window where your Solaris 11 is running plug your ZFS USB drive, select "ignore" if Mac OS invite you to initialize the disk In the VirtualBox VM menu, go to "Devices" then "USB Devices" and select from the dropping menu your "USB device" Connection your Solaris VM to the USB drive Inside Solaris, you might now check that your device is accessible by using the "format" cli command If not, repeat previous steps Now, with root privilege, force a zpool import -f myusbdevicepoolname because this pool was created on another system check that you see your new pool with "zpool status" share your pool with NFS: share -F NFS /myusbdevicepoolname Accessing the USB ZFS drive from Mac OS X This is the easiest step: access an NFS share from mac OS Create a "ZFSdrive" folder on your MacOS desktop from a terminal under mac OS: mount -t nfs IPadressofMySoalrisVM:/myusbdevicepoolname  /Users/yourusername/Desktop/ZFSdrive et voila ! you might access your data, on a ZFS USB drive, directly from your Mountain Lion Desktop. You might play with the share rights in order to alter any read/write rights as needed. You might activate compression, encryption inside the Solaris 11 VM ...

  • Event Driven Behavior Tree: deterministic traversal order with parallel

    I've studied several articles and listen some talks about behavior trees (mostly the resources available on AIGameDev by Alex J. Champandard). I'm particularly interested on event driven behavior trees, but I have still some doubts on how to implement them correctly using a scheduler. Just a quick recap: Standard Behavior Tree Each execution tick the tree is traversed from the root in depth-first order The execution order is implicitly expressed by the tree structure. So in the case of behaviors parented to a parallel node, even if both children are executed during the same traversing, the first leaf is always evaluated first. Event Driven BT During the first traversal the nodes (tasks) are enqueued using a scheduler which is responsible for updating only running ones every update The first traversal implicitly produce a depth-first ordered queue in the scheduler Non leaf nodes stays suspended mostly of the time. When a leaf node terminate(either with success or fail status) the parent (observer) is waked up allowing the tree traversing to continue and new tasks will be enqueued in the scheduler Without parallel nodes in the tree there will be up to 1 task running in the scheduler Without parallel nodes, the tasks in the queue(excluding dynamic priority implementation) will be always ordered in a depth-first order (is this right?) Now, from what is my understanding of a possible implementation, there are 2 requirements I think must be respected(I'm not sure though): Now, some requirements I think needs to be guaranteed by a correct implementation are: The result of the traversing should be independent from which implementation strategy is used. The traversing result must be deterministic. I'm struggling trying to guarantee both in the case of parallel nodes. Here's an example: Parallel_1 -->Sequence_1 ---->leaf_A ---->leaf_B -->leaf_C Considering a FIFO policy of the scheduler, before leaf_A node terminates the tasks in the scheduler are: P1(suspended),S1(suspended),leaf_A(running),leaf_C(running) When leaf_A terminate leaf_B will be scheduled (at the end of the queue), so the queue will become: P1(suspended),S1(suspended),leaf_C(running),leaf_B(running) In this case leaf_B will be executed after leaf_C at every update, meanwhile with a non event-driven traversing from the root node, the leaf_B will always be evaluated before leaf_A. So I have a couple of question: do I have understand correctly how event driven BT work? How can I guarantee the depth first order is respected with such an implementation? is this a common issue or am I missing something?

  • OOF checklist

    When going on vacation or otherwise being out of office (known as OOF in Microsoft), it is polite and professional that our absence creates the minimum disruption possible to the rest of the business, and especially our colleagues. Below is my OOF checklist - I try to do these as soon as I know I'll be OOF, rather than leave it for the night before. Let the relevant folks on the team know the planned dates of absence and check if anybody was expecting something from you during that timeframe. Reset expectations with them, and as applicable try to find another owner for individual activities that cannot wait. Go through your calendar for the OOF period and decline every meeting occurrence so the owner of the meeting knows that you won't be attending (similar to my post about responding to invites). If it is your meeting cancel it so that people don’t turn up without the meeting organizer being there. Do this even for meetings were the folks should know due to step #1. Over-communicating is a good thing here and keeps calendars all around up to date. Enter your OOF dates in whatever tool your company uses. Typically that is the notification to your manager. In your Outlook calendar, create a local Appointment (don't invite anyone) for the date range (All day event) setting the "Show As" dropdown to "Out of Office". This way, people won’t try to schedule meetings with you on that day. If you use Lync, set the status to "Off Work" for that period. If you won't be responding to email (which when on your vacation you definitely shouldn't) then in Outlook setup "Automatic Replies (Out of Office)" for that period. This way people won’t think you are rude when not replying to their emails. In your OOF message point to an alias (ideally of many people) as a fallback for urgent queries. If you want to proactively notify individuals of your OOFage then schedule and send a multi-day meeting request for the entire period. Remember to set the "Show As" to "Free" (so their calendar doesn’t show busy/oof to others), set the "Reminder" to "None" (so they don’t get a reminder about it), set "Low Importance", and uncheck both "Response Options" so if they don't want this on their calendar, it is just one click for them to get rid of it. Aside: I have another post with advice on sending invites. If you care about people who would not observe the above but could drop by your office, stick a physical OOF note at your office door or chair/monitor or desk. Have I missed any?
