  • Rules for Naming

That which we call a rose By any other name would smell as sweet; So Romeo would, were he not Romeo call'd, Retain that dear perfection which he owes Without that title. Romeo, doff thy name And for that name which is no part of thee Take all myself.  Shakespeare – Romeo and Juliet Act II, Scene 2 We normally only use the bold portion of the famous Shakespearean quote above, but it is really out of context. As the play unfolds, we learn that a name is all too powerful. Indeed it is because of their names that the doomed lovers die. There might be life and death in a name (BTW, when I wrote this monogram, I was in Hatfield, PA. Remember the Hatfields and the McCoys?) This is a bit extreme, but in the field of Knowledge Management (KM) names are of the utmost importance as well. When I write an article about managing SharePoint sites, how should I name it? “Managing a site” or “Site, managing”? Nine times out of ten I’d opt for the latter. Almost everything we do is “Managing” so to make life easier for a person looking for meaningful content, we title our articles starting with the differentiator rather than the common factor. As a rule of thumb, we start the name with the noun rather than the verb. It is not what we do that is the primary key; it is what we do it to. So, answer this – is it a “rule of thumb” or a “thumb rule?” This is tough. A lot of what we do when naming is a judgment call. Both thumb and rule are nouns, albeit concrete and abstract (more about this later), but to most people “thumb rule” is meaningless while “rule of thumb” is an idiom. The difference between knowledge and information is that knowledge is meaningful information placed in context. Thus I elect the “rule of thumb”. It is the more meaningful title. Abstract and Concrete are relative terms. Many nouns (and verbs) that are abstract to a commoner, are concrete to a practitioner of one profession or another and may even have different concrete meanings in different professional jargons. Think about “running”. To an executive it means running a business, to a marathoner its meaning is much more literal. Generally speaking, we store and disseminate knowledge within a practice more than we do it in general. Even dictionaries encyclopedias define terms as they apply to different audiences. The rule of thumb is to put the more concrete first, but within the audience’s jargon. Even the title of this monogram is a question. Do I name it “Naming Documents” or “Documents, Naming”? Well, my own rule of thumb (“Here he goes again!?”) states that the latter is better because it starts with a noun, but this is a document about naming more than it about documents. The rules of naming also apply to graphs and charts, excel spreadsheets, and so on. Thus, I vote for the former.  A better title could have been “Naming Objects” only the word “Object” is a bit too abstract. How about just “Naming” or “Naming, rules of”? You get the drift. One of the ways to resolve all of this is to store the documents in Knowledge-Bases, which may become the subjects of a future punditry. Knowledge bases use keywords to describe their content.  Use a Metadata store for the keywords to at least attempt some common grounds. Here is another general rule (rule of thumb?!!) – put at least the one keyword in the title. Use subtitles. Here is an example: Migrating documents – Screening, cleaning, and organizing our knowledge. The main keyword is “documents”, next is “migrating”, other keywords also appear in the subtitle.   • To Make Diversity Work, Managers Must Stop Ignoring Difference

Lee noticed something during their leadership development coaching and consulting: Frustrated employees and overwhelmed managers. “We heard from voices saying, ‘I wish my manager understood me better’ or ‘I hope my manager would take the time to learn more about me and my background,’” remembers Hyun. “At the same token, the managers we were coaching had a hard time even knowing how to start these conversations.”  Hyun and Lee wrote Flex to address some of the fears managers have when it comes to leading diverse teams—such as being afraid of offending their employees by stumbling into sensitive territory—and also to provide a sure-footed strategy for becoming a more effective leader. Here, Hyun talks about what it takes to create innovate and productive teams in an increasingly diverse world, including the key characteristics successful managers share. Q: What does it mean to “flex”? Hyun: Flexing is the art of switching between leadership styles to work more effectively with people who are different from you. It’s not fundamentally changing who you are, but it’s understanding when you need to adapt your style in a situation so that you can accommodate people and make them feel more comfortable. It’s understanding the gap that might exist between you and others who are different, and then flexing across that gap to get the result that you're looking for. It’s up to all of us, not just managers, but also employees, to learn how to flex. When you hire new people to the organization, they're expected to adapt. The new people in the organization may need some guidance around how to best flex. They can certainly take the initiative, but if you can give them some direction around the important rules, and connect them with insiders who can help them figure out the most critical elements of the job, that will accelerate how quickly they can contribute to your organization. Q: Why is it important right now for managers to understand flexing? Hyun: The workplace is becoming increasingly younger, multicultural and female. The numbers bear it out. Millennials are entering the workforce and becoming a larger percentage of it, which is a global phenomenon. Thirty-six percent of the workforce is multicultural, and close to half is female. It makes sense to better understand the people who are increasingly a part of your workforce, and how to best lead them and manage them as well. Q: What do companies miss out on when managers don’t flex? Hyun: There are high costs for losing people or failing to engage them. The estimated costs of replacing an employee is about 150 percent of that person’s salary. There are studies showing that employee disengagement costs the U.S. something like $450 billion a year. But voice is the biggest thing you miss out on if you don’t flex. Whenever you want innovation or increased productivity from your people, you need to figure out how to unleash these things. The way you get there is to make sure that everybody’s voice is at the table. Q: What are some of the common misassumptions that managers make about the people on their teams? Hyun: One is what I call the Golden Rule mentality: We assume when we go to the workplace that people are going to think like us and operate like us. But sometimes when you work with people from a different culture or a different generation, they may have a different mindset about doing something, or a different approach to solving a problem, or a different way to manage some situation. When see something that’s different, we don't understand it, so we don't trust it. We have this hidden bias for people who are like us. That gets in the way of really looking at how we can tap our team members best potential by understanding how their difference may help them be effective in our workplace. We’re trained, especially in the workplace, to make assumptions quickly, so that you can make the best business decision. But with people, it’s better to remain curious. If you want to build stronger cross-cultural, cross-generational, cross-gender relationships, before you make a judgment, share what you observe with that team member, and connect with him or her in ways that are mutually adaptive, so that you can work together more effectively. Q: What are the common characteristics you see in leaders who are successful at flexing? Hyun: One is what I call “adaptive ability”—leaders who are able to understand that someone on their team is different from them, and willing to adapt his or her style to do that. Another one is “unconditional positive regard,” which is basically acceptance of others, even in their vulnerable moments. This attitude of grace is critical and essential to a healthy environment in developing people. If you think about when people enter the workforce, they're only 21 years old. It’s quite a formative time for them. They may not have a lot of management experience, or experience managing complex or even global projects. Creating the best possible condition for their development requires turning their mistakes into teachable moments, and giving them an opportunity to really learn. Finally, these leaders are not rigid or constrained in a single mode or style. They have this insatiable curiosity about other people. They don’t judge when they see behavior that doesn’t make sense, or is different from their own. For example, maybe someone on their team is a less aggressive than they are. The leader needs to remain curious and thinks, “Wow, I wonder how I can engage in a dialogue with this person to get their potential out in the open.”

I have installed cygwin in windows and want to configure ssh, to remotely connect to my laptop.   • How to store wiki sites (vcs)

    Hello, as a personal project I am trying to write a wiki with the help of django. I'm a beginner when it comes to web development. I am at the (early) point where I need to decide how to store the wiki sites. I have three approaches in mind and would like to know your suggestion. Flat files I considered a flat file approach with a version control system like git or mercurial. Firstly, I would have some example wikis to look at like http://hatta.sheep.art.pl/. Secondly, the vcs would probably deal with editing conflicts and keeping the edit history, so I would not have to reinvent the wheel. And thirdly, I could probably easily clone the wiki repository, so I (or for that matter others) can have an offline copy of the wiki. On the other hand, as far as I know, I can not use django models with flat files. Then, if I wanted to add fields to a wiki site, like a category, I would need to somehow keep a reference to that flat file in order to associate the fields in the database with the flat file. Besides, I don't know if it is a good idea to have all the wiki sites in one repository. I imagine it is more natural to have kind of like a repository per wiki site resp. file. Last but not least, I'm not sure, but I think using flat files would limit my deploying capabilities because web hosts maybe don't allow creating files (I'm thinking, for example, of Google App Engine) Storing in a database By storing the wiki sites in the database I can utilize django models and associate arbitrary fields with the wiki site. I probably would also have an easier life deploying the wiki. But I would not get vcs features like history and conflict resolving per se. I searched for django-extensions to help me and I found django-reversion. However, I do not fully understand if it fit my needs. Does it track model changes like for example if I change the django model file, or does it track the content of the models (which would fit my need). Plus, I do not see if django reversion would help me with edit conflicts. Storing a vcs repository in a database field This would be my ideal solution. It would combine the advantages of both previous approaches without the disadvantages. That is; I would have vcs features but I would save the wiki sites in a database. The problem is: I have no idea how feasible that is. I just imagine saving a wiki site/source together with a git/mercurial repository in a database field. Yet, I somehow doubt database fields work like that. So, I'm open for any other approaches but this is what I came up with.   • Should I use Python or Assembly for a super fast copy program

    As a maintenance issue I need to routinely (3-5 times per year) copy a repository that is now has over 20 million files and exceeds 1.5 terabytes in total disk space. I am currently using RICHCOPY, but have tried others. RICHCOPY seems the fastest but I do not believe I am getting close to the limits of the capabilities of my XP machine. I am toying around with using what I have read in The Art of Assembly Language to write a program to copy my files. My other thought is to start learning how to multi-thread in Python to do the copies. I am toying around with the idea of doing this in Assembly because it seems interesting, but while my time is not incredibly precious it is precious enough that I am trying to get a sense of whether or not I will see significant enough gains in copy speed. I am assuming that I would but I only started really learning to program 18 months and it is still more or less a hobby. Thus I may be missing some fundamental concept of what happens with interpreted languages. Any observations or experiences would be appreciated. Note, I am not looking for any code. I have already written a basic copy program in Python 2.6 that is no slower than RICHCOPY. I am looking for some observations on which will give me more speed. Right now it takes me over 50 hours to make a copy from a disk to a Drobo and then back from the Drobo to a disk. I have a LogicCube for when I am simply duplicating a disk but sometimes I need to go from a disk to Drobo or the reverse. I am thinking that given that I can sector copy a 3/4 full 2 terabyte drive using the LogicCube in under seven hours I should be able to get close to that using Assembly, but I don't know enough to know if this is valid. (Yes, sometimes ignorance is bliss) The reason I need to speed it up is I have had two or three cycles where something has happened during copy (fifty hours is a long time to expect the world to hold still) that has caused me to have to trash the copy and start over. For example, last week the water main broke under our building and shorted out the power.

  • Why is cell phone software still so primitive?

    I don't do mobile development, but it strikes me as odd that features like this aren't available by default on most phones: full text search: searches all address book contents, messages, anything else being a plus better call management: e.g. a rotating audio call log, meaning you always have the last N calls recorded for your listening pleasure later (your little girl just said her first "da-da" while you were on a business trip, you had a telephone job interview, you received complex instructions to do something etc.) bluetooth remote control (like e.g. anyRemote, but available by default on a bluetooth phone) no multitasking capabilities worth mentioning and in general no e.g. weekly software updates, making the phone much more usable (even if it had to be done over USB, rather than over the network). I'm sure I was dumbfounded by the lack or design of other features as well, but they don't come to mind right now. To clarify, I'm not talking about smartphones here: my plain, 2-year old phone has a CPU an order of magnitude faster than my first PC, about as much storage space and it's ridiculous how bad (slow, unwieldy) the software is and it's not one phone or one manufacturer. What keeps the (to me) obvious software functionality vacuum on a capable hardware platform from being filled up? Edit: I believe a clarification on the multitasking point might be beneficial. I'll use my phone as an example, although the point is much more general. The phone can multitask and in fact does: you can listen to music and do something else at the same time. On the other hand, the way the software has been designed makes multitasking next to useless. (Ditto with the external touch screen: it can take touch commands, but only one application makes use of it, and only with 3 commands.) To take the multitasking example to the extreme, if I plug my phone into my laptop and it registers as an external disk, it doesn't allow any kind of operation: messages, calling, calendar, everything out of reach, although I can receive a call. No "battery life" issue there: it's charging while connected. BTW, another example of design below the current state of the art: I don't see a phone on the horizon which will remember where in an audio or video file you were when you stopped listening/watching it last time (podcasts are a good use case). Simplistic rewind/fast forward functionality only aggravates the problem.

  • Can parser combination be made efficient?

    Around 6 years ago, I benchmarked my own parser combinators in OCaml and found that they were ~5× slower than the parser generators on offer at the time. I recently revisited this subject and benchmarked Haskell's Parsec vs a simple hand-rolled precedence climbing parser written in F# and was surprised to find the F# to be 25× faster than the Haskell.   • Are there programs that iteratively write new programs?

    For about a year I have been thinking about writing a program that writes programs. This would primarily be a playful exercise that might teach me some new concepts. My inspiration came from negentropy and the ability for order to emerge from chaos and new chaos to arise out of order in infinite succession. To be more specific, the program would start by writing a short random string. If the string compiles the programs will log it for later comparison. If the string does not compile the program will try to rewrite it until it does compile. As more strings (mini 'useless' programs) are logged they can be parsed for similarities and used to generate a grammar. This grammar can then be drawn on to write more strings that have a higher probability of compilation than purely random strings. This is obviously more than a little silly, but I thought it would be fun to try and grow a program like this. And as a byproduct I get a bunch of unique programs that I can visualize and call art. I'll probably write this in Ruby due to its simple syntax and dynamic compilation and then I will visualize in processing using ruby-processing. What I would like to know is: Is there a name for this type of programming? What currently exists in this field? Who are the primary contributors? BONUS! - In what ways can I procedurally assign value to output programs beyond compiles(y/n)? I may want to extend the functionality of this program to generate a program based on parameters, but I want the program to define those parameters through running the programs that compile and assigning meaning to the programs output. This question is probably more involved than reasonable for a bonus, but if you can think of a simple way to get something like this done in less than 23 lines or one hyperlink, please toss it into your response. I know that this is not quite meta-programming and from the little I know of AI and generative algorithms they are usually more goal oriented than what I am thinking. What would be optimal is a program that continually rewrites and improves itself so I don't have to ^_^

  • sendmail and MX records when mail server is not on web host

    This is a problem I'm sure is easy to fix, but I've been banging my head on it all day. I'm developing a new web site for a client. The web site resides at (this is an example) website.com. I have a PHP form script to email visitors' requests to [email protected]. When I coded this on a staging server on a different domain, all worked fine. When I moved it to website.com, the mail messages never arrived. The web server is on a virtual host with a major ISP. Here's what I've learned since then: My client's mail server is Microsoft Exchange on a box physically in their office. Whenever someone on the outside world emails [email protected], the mail arrives. But if the web server sends to the same email address, it fails every time. This is not a PHP problem. I secure shell in to the web server and have tested this both with sendmail and the UNIX mail application. I've also tested it by emailing various email accounts from the shell. I can email myself, for example, just nobody at the website.com domain. In short, when I'm logged in to website.com, mail to [email protected], [email protected], [email protected] all fail. All other addresses work fine. What I've discovered is those dropped emails are routed to the web server's "catchall" account where they sit in its inbox. I've done an MX lookup on website.com. The MX record points to mailsec.website.com. I can telnet to mailsec.website.com port 25 and see the SMTP server. It appears to me that website.com isn't doing an MX lookup when it's sending mail to [email protected]. My theory is that it recognizes the domain as local, sees that there's no "requests" user account to deliver it to, and drops the mail into the catchall account. What I want is to force sendmail to do the MX lookup and send the message on to the Exchange server. I'm at wit's end here. I can't figure out how to do this. For that matter, I may be way off base here and have misdiagnosed this entirely. Internet mail and MX has always seemed a black art to me, and my ignorance is certainly showing in this question.

  • How can I group an array of rectangles into "Islands" of connected regions?

    The problem I have an array of java.awt.Rectangles. For those who are not familiar with this class, the important piece of information is that they provide an .intersects(Rectangle b) function. I would like to write a function that takes this array of Rectangles, and breaks it up into groups of connected rectangles. Lets say for example, that these are my rectangles (constructor takes the arguments x, y, width,height): Rectangle[] rects = new Rectangle[] { new Rectangle(0, 0, 4, 2), //A new Rectangle(1, 1, 2, 4), //B new Rectangle(0, 4, 8, 2), //C new Rectangle(6, 0, 2, 2) //D } A quick drawing shows that A intersects B and B intersects C. D intersects nothing.   • Sorting a list of numbers with modified cost

    First, this was one of the four problems we had to solve in a project last year and I couldn’t find a suitable algorithm so we handle in a brute force solution. Problem: The numbers are in a list that is not sorted and supports only one type of operation. The operation is defined as follows: Given a position i and a position j the operation moves the number at position i to position j without altering the relative order of the other numbers. If i j, the positions of the numbers between positions j and i - 1 increment by 1, otherwise if i < j the positions of the numbers between positions i+1 and j decreases by 1. This operation requires i steps to find a number to move and j steps to locate the position to which you want to move it. Then the number of steps required to move a number of position i to position j is i+j. We need to design an algorithm that given a list of numbers, determine the optimal (in terms of cost) sequence of moves to rearrange the sequence. Attempts: Part of our investigation was around NP-Completeness, we make it a decision problem and try to find a suitable transformation to any of the problems listed in Garey and Johnson’s book: Computers and Intractability with no results. There is also no direct reference (from our point of view) to this kind of variation in Donald E. Knuth’s book: The art of Computer Programing Vol. 3 Sorting and Searching. We also analyzed algorithms to sort linked lists but none of them gives a good idea to find de optimal sequence of movements. Note that the idea is not to find an algorithm that orders the sequence, but one to tell me the optimal sequence of movements in terms of cost that organizes the sequence, you can make a copy and sort it to analyze the final position of the elements if you want, in fact we may assume that the list contains the numbers from 1 to n, so we know where we want to put each number, we are just concerned with minimizing the total cost of the steps. We tested several greedy approaches but all of them failed, divide and conquer sorting algorithms can’t be used because they swap with no cost portions of the list and our dynamic programing approaches had to consider many cases. The brute force recursive algorithm takes all the possible combinations of movements from i to j and then again all the possible moments of the rest of the element’s, at the end it returns the sequence with less total cost that sorted the list, as you can imagine the cost of this algorithm is brutal and makes it impracticable for more than 8 elements. Our observations: n movements is not necessarily cheaper than n+1 movements (unlike swaps in arrays that are O(1)). There are basically two ways of moving one element from position i to j: one is to move it directly and the other is to move other elements around i in a way that it reaches the position j. At most you make n-1 movements (the untouched element reaches its position alone). If it is the optimal sequence of movements then you didn’t move the same element twice.

  • Inputs inside ListView doesn't change values from old to recently set on ItemUpdating event

    Hi, I would appreciate if someone help me to understand this situation. I do not know why but when i edit selected ListView item (containing few TextBoxes) and then press Update button in the ItemUpdating event i always get old values instead of those which were typed recently. Why? I do not use Page_Load event so i do not need check on PostBack I try to get value before i bind data from DB to ListView, so it can't override recently typed values I tried to get TextBoxes values in different Event handlers - ItemCommand, ItemUpdating, ItemDataBound - result si always the same Collection NewValues and OldValues are always empty (i think this is because i don't use SqlDataSource control) The only one way i can get new values - is to check Request, but in this case i can't use control validators ... so probably it is bad idea to work with only request.   • Another Marketing Conference, part two – the afternoon

I’ve skipped Charles Nixon’s session which was a blend of funky futurism and professional development advice, but you can see his slides here. I’ve also skipped the Google presentation, as it was a little thin on insight. 6 – Brand ambassadors: Getting universal buy in across the organisation, Vanessa Northam Slides are here This was the strongest enforcement of the idea that brand and campaign values need to be delivered throughout the organization if they’re going to work. Vanessa runs internal communications at e-on, and shared her experience of using internal comms to align an organization and thereby get the most out of a campaign. She views the purpose of internal comms as: “…to help leaders, to communicate the purpose and future of an organization, and support change.” This (and culture) primes front line staff, which creates customer experience and spreads brand. You ensure a whole organization knows what’s going on with both internal and external comms. If everybody is aligned and informed, if everybody can clearly articulate your brand and campaign goals, then you can turn everybody into an advocate. Alignment is a powerful tool for delivering a consistent experience and message. The pathological counter example is the one in which a marketing message goes out, which creates inbound customer contacts that front line contact staff haven’t been briefed to handle. The NatWest campaign was again mentioned in this context. The good example was e-on’s cheaper tariff campaign. Building a groundswell of internal excitement, and even running an internal launch meant everyone could contribute to a good customer experience. They found that meter readers were excited – not a group they’d considered as obvious in providing customer experience. But they were a group that has a lot of face-to-face contact with customers, and often were asked questions they may not have been briefed to answer. Being able to communicate a simple new message made it easier for them, and also let them become a sales and marketing asset to the organization. 7 – Goodbye Internet, Hello Outernet: the rise and rise of augmented reality, Matt Mills I wasn’t going to write this up, because it was essentially a sales demo for Aurasma. But the technology does merit some discussion. Basically, it replaces QR codes with visual recognition, and provides a simple-looking back end for attaching content. It’s quite sexy. But here’s my beef with it: QR codes had a clear visual language – when you saw one you knew what it was and what to do with it. They were clunky, but they had the “getting started” problem solved out of the box once you knew what you were looking at. However, they fail because QR code reading isn’t native to the platform. You needed an app, which meant you needed to know to download one. Consequentially, you can’t use QR codes with and ubiquity, or depend on them. This means marketers, content providers, etc, never pushed them, and they remained and awkward oddity, a minority sport. Aurasma half solves problem two, and re-introduces problem one, making it potentially half as useful as a QR code. It’s free, and you can apparently build it into your own apps. Add to that the likelihood of it becoming native to the platform if it takes off, and it may have legs. I guess we’ll see. 8 – We all need to code, Helen Mayor Great title – good point. If there was anybody in the room who didn’t at least know basic HTML, and if Helen’s presentation inspired them to learn, that’s fantastic. However, this was a half hour sales pitch for a basic coding training course. Beyond advocating coding skills it contained no useful content. Marketers may also like to consider some of these resources if they’re looking to learn code: Code Academy – free interactive tutorials Treehouse – learn web design, web dev, or app dev WebPlatform.org – tutorials and documentation for web tech  11 – Understanding our inner creativity, Margaret Boden This session was the most theoretical and probably least actionable of the day. It also held my attention utterly. Margaret spoke fluently, fascinatingly, without slides, on the subject of types of creativity and how they work. It was splendid. Yes, it raised a wry smile whenever she spoke of “the content of advertisements” and gave an example from 1970s TV ads, but even without the attempt to meet the conference’s theme this would have been thoroughly engaging. There are, Margaret suggested, three types of creativity: Combinatorial creativity The most common form, and consisting of synthesising ideas from existing and familiar concepts and tropes. Exploratory creativity Less common, this involves exploring the limits and quirks of a particular constraint or style. Transformational creativity This is uncommon, and arises from finding a way to do something that the existing rules would hold to be impossible. In essence, this involves breaking one of the constraints that exploratory creativity is composed from. Combinatorial creativity, she suggested, is particularly important for attaching favourable ideas to existing things. As such is it probably worth developing for marketing. Exploratory creativity may then come into play in something like developing and optimising an idea or campaign that now has momentum. Transformational creativity exists at the edges of this exploration. She suggested that products may often be transformational, but that marketing seemed unlikely to in her experience. This made me wonder about Listerine. Crucially, transformational creativity is characterised by there being some element of continuity with the strictures of previous thinking. Once it has happened, there may be  move from a revolutionary instance into an explored style. Again, from a marketing perspective, this seems to chime well with the thinking in Youngme Moon’s book: Different Talking about the birth of Modernism is visual art, Margaret pointed out that transformational creativity has historically risked a backlash, demanding what is essentially an education of the market. This is best accomplished by referring back to the continuities with the past in order to make the new familiar. Thoughts The afternoon is harder to sum up than the morning. It felt less concrete, and was troubled by a short run of poor presentations in the middle. Mainly, I found myself wrestling with the internal comms issue. It’s one of those things that seems astonishingly obvious in hindsight, but any campaign – particularly any large one – is doomed if the people involved can’t believe in it. We’ve run things here that haven’t gone so well, of course we have; who hasn’t? I’m not going to air any laundry, but people not being informed (much less aligned) feels like a common factor. It’s tough though. Managing and anticipating information needs across an organization of any size can’t be easy. Even the simple things like ensuring sales and support departments know what’s in a product release, and what messages go with it are easy to botch. The thing I like about framing this as a brand and campaign advocacy problem is that it makes it likely to get addressed. Better is always sexier than less-worse. Any technical communicator who’s ever felt crowded out by a content strategist or marketing copywriter  knows this – increasing revenue gets a seat at the table far more readily than reducing support costs, even if the financial impact is identical. So that’s it from AMC. The big thought-provokers were social buying behaviour and eliciting behaviour change, and the value of internal communications in ensuring successful campaigns and continuity of customer experience. I’ll be chewing over that for a while, and I’d definitely return next year.

Big Companies are getting bigger everyday, and increasingly organizations operate across state lines, multiple times zones, and in many countries or continents at the same time.  No longer is midnight to 6am a safe time to take down the system for upgrades, to run recon’s and import or update user accounts and attributes.  Further IT organizations are operating as shared services with SLA’s similar to telephone carrier levels expected by their “clients”.  Workers are moved in and out of roles on a weekly, daily, or even hourly rate and IAM is expected to support those rapid changes.  End users registering for services during business hours in Singapore are expected their access to be green-lighted in custom apps hosted in Portugal within the hour.  Many of the expectations of asynchronous systems and batched updates are not adequate and the number and types of users is growing. When organizations acted more like independent teams at functional or geographic levels it was manageable to have processes that relied on a handful of people who knew how to make things work …. Knew how to get you access to the key systems to get your job done.  Today everyone is expected to do more with less, the finance administrator previously supporting their local Atlanta sales office might now be asked to help close the books for the Johannesburg team, and access certification process once completed monthly by Joan on the 3rd floor is now done by a shared pool of resources in Sao Paulo.   Fragmented processes that rely on institutional knowledge to get access to systems and get work done quickly break down in these scenarios.  Highly robust processes that have automated workflows for connected or disconnected systems give organizations the dynamic flexibility to share work across these lines and cut costs or increase productivity. As the IT industry computing paradigms continue to change with the passing of time, and as mature or proven approaches become clear, it is normal for organizations to adjust accordingly. Businesses must manage identity in an increasingly hybrid world in which legacy on-premises IAM infrastructures are extended or replaced to support more and more interconnected and interdependent services to a wider range of users. The old legacy IAM implementation models we had relied on to manage identities no longer apply. End users expect to self-request access to services from their tablet, get supervisor approval over mobile devices and email, and launch the application even if is hosted on the cloud, or run by a partner, vendor, or service provider. While user expectations are higher, they are also simpler … logging into custom desktop apps to request approvals, or going through email or paper based processes for certification is unacceptable.  Users expect security to operate within the paradigm of the application … i.e. feel like the application they are using. Citizen and customer facing applications have evolved from every where, with custom applications, 3rd party tools, and merging in from acquired entities or 3rd party OEM’s resold to expand your portfolio of services.  These all have their own user stores, authentication models, user lifecycles, session management, etc.  Often the designers/developers are no longer accessible and the documentation is limited.  Bringing together underlying directories to scale for growth, and improve user experience is critical for revenue … but also for operations. Job functions are more dynamic.... take the Olympics for example.  Endless organizations from corporations broadcasting, endorsing, or marketing through the event … to non-profit athletic foundations and public/government entities for athletes and public safety, all operate simultaneously on the world stage.  Each organization needs to spin up short-term teams, often dealing with proprietary information from hot ads to racing strategies or security plans.  IAM is expected to enable team’s to spin up, enable new applications, protect privacy, and secure critical infrastructure.  Then it needs to be disabled just as quickly as users go back to their previous responsibilities. On a more technical level … Optimized system directory; tuning guidelines and parameters are needed by businesses today. Business’s need to be making the right choices (virtual directories) and considerations via choosing the correct architectural patterns (virtual, direct, replicated, and tuning), challenge is that business need to assess and chose the correct architectural patters (centralized, virtualized, and distributed) Today's Business organizations have very complex heterogeneous enterprises that contain diverse and multifaceted information. With today's ever changing global landscape, the strategic end goal in challenging times for business is business agility. The business of identity management requires enterprise's to be more agile and more responsive than ever before. The continued proliferation of networking devices (PC, tablet, PDA's, notebooks, etc.) has caused the number of devices and users to be granted access to these devices to grow exponentially. Business needs to deploy an IAM system that can account for the demands for authentication and authorizations to these devices. Increased innovation is forcing business and organizations to centralize their identity management services. Access management needs to handle traditional web based access as well as handle new innovations around mobile, as well as address insufficient governance processes which can lead to rouge identity accounts, which can then become a source of vulnerabilities within a business’s identity platform. Risk based decisions are providing challenges to business, for an adaptive risk model to make proper access decisions via standard Web single sign on for internal and external customers,. Organizations have to move beyond simple login and passwords to address trusted relationship questions such as: Is this a trusted customer, client, or citizen? Is this a trusted employee, vendor, or partner? Is this a trusted device? Without a solid technological foundation, organizational performance, collaboration, constituent services, or any other organizational processes will languish. A Single server location presents not only network concerns for distributed user base, but identity challenges. The network risks are centered on latency of the long trip that the traffic has to take. Other risks are a performance around availability and if the single identity server is lost, all access is lost. As you can see, there are many reasons why performance tuning IAM will have a substantial impact on the success of your organization.  In our next installment in the series we roll up our sleeves and get into detailed tuning techniques used everyday by thought leaders in the field implementing Oracle Identity & Access Management Solutions.

  • Use BGInfo to Build a Database of System Information of Your Network Computers

    One of the more popular tools of the Sysinternals suite among system administrators is BGInfo which tacks real-time system information to your desktop wallpaper when you first login. For obvious reasons, having information such as system memory, available hard drive space and system up time (among others) right in front of you is very convenient when you are managing several systems. A little known feature about this handy utility is the ability to have system information automatically saved to a SQL database or some other data file. With a few minutes of setup work you can easily configure BGInfo to record system information of all your network computers in a centralized storage location. You can then use this data to monitor or report on these systems however you see fit. BGInfo Setup If you are familiar with BGInfo, you can skip this section. However, if you have never used this tool, it takes just a few minutes to setup in order to capture the data you are looking for. When you first open BGInfo, a timer will be counting down in the upper right corner. Click the countdown button to keep the interface up so we can edit the settings. Now edit the information you want to capture from the available fields on the right. Since all the output will be redirected to a central location, don’t worry about configuring the layout or formatting. Configuring the Storage Database BGInfo supports the ability to store information in several database formats: SQL Server Database, Access Database, Excel and Text File. To configure this option, open File > Database. Using a Text File The simplest, and perhaps most practical, option is to store the BGInfo data in a comma separated text file. This format allows for the file to be opened in Excel or imported into a database. To use a text file or any other file system type (Excel or MS Access), simply provide the UNC to the respective file. The account running the task to write to this file will need read/write access to both the share and NTFS file permissions. When using a text file, the only option is to have BGInfo create a new entry each time the capture process is run which will add a new line to the respective CSV text file. Using a SQL Database If you prefer to have the data dropped straight into a SQL Server database, BGInfo support this as well. This requires a bit of additional configuration, but overall it is very easy. The first step is to create a database where the information will be stored. Additionally, you will want to create a user account to fill data into this table (and this table only). For your convenience, this script creates a new database and user account (run this as Administrator on your SQL Server machine): @SET Server=%ComputerName%.@SET Database=BGInfo@SET UserName=BGInfo@SET Password=passwordSQLCMD -S “%Server%” -E -Q “Create Database [%Database%]“SQLCMD -S “%Server%” -E -Q “Create Login [%UserName%] With Password=N’%Password%’, DEFAULT_DATABASE=[%Database%], CHECK_EXPIRATION=OFF, CHECK_POLICY=OFF”SQLCMD -S “%Server%” -E -d “%Database%” -Q “Create User [%UserName%] For Login [%UserName%]“SQLCMD -S “%Server%” -E -d “%Database%” -Q “EXEC sp_addrolemember N’db_owner’, N’%UserName%’” Note the SQL user account must have ‘db_owner’ permissions on the database in order for BGInfo to work correctly. This is why you should have a SQL user account specifically for this database. Next, configure BGInfo to connect to this database by clicking on the SQL button. Fill out the connection properties according to your database settings. Select the option of whether or not to only have one entry per computer or keep a history of each system. The data will then be dropped directly into a table named “BGInfoTable” in the respective database.   Configure User Desktop Options While the primary function of BGInfo is to alter the user’s desktop by adding system info as part of the wallpaper, for our use here we want to leave the user’s wallpaper alone so this process runs without altering any of the user’s settings. Click the Desktops button. Configure the Wallpaper modifications to not alter anything.   Preparing the Deployment Now we are all set for deploying the configuration to the individual machines so we can start capturing the system data. If you have not done so already, click the Apply button to create the first entry in your data repository. If all is configured correctly, you should be able to open your data file or database and see the entry for the respective machine. Now click the File > Save As menu option and save the configuration as “BGInfoCapture.bgi”.   Deploying to Client Machines Deployment to the respective client machines is pretty straightforward. No installation is required as you just need to copy the BGInfo.exe and the BGInfoCapture.bgi to each machine and place them in the same directory. Once in place, just run the command: BGInfo.exe BGInfoCapture.bgi /Timer:0 /Silent /NoLicPrompt Of course, you probably want to schedule the capture process to run on a schedule.   • Big Visible Charts

    An important part of Agile is the concept of transparency and visibility. In proper functioning teams, stakeholders can look at any team at any time in the iteration or release and see how that team is doing by simply looking at what we call Big Visible Charts. If you’ve done Scrum, you’ve seen these charts. However, interpreting these charts can often be an art form. There are several different charts that can be useful. In this newsletter, I’ll focus on the Iteration Burndown and Cumulative Flow charts. I’ve included a copy of the spreadsheet that I used to create the charts, and if you don’t have a tool that creates them for you, you can use this spreadsheet to do so. Our preferred tool for managing Scrum projects is Rally. Rally creates all of these charts for you, saving you quite a bit of time. The Iteration Burndown and Cumulative Flow Charts This is the main chart that teams use. Although less useful to stakeholders, this chart is critical to the team and provides quite a bit of information to the team about how their iteration is going. Most charts are a combination of the charts below, so you may need to combine aspects of each section to understand what is happening in your iterations. Ideal Ah, isn’t that a pretty picture? Unfortunately, it’s also very unrealistic. I’ve seen iterations that come close to ideal, but never that match perfectly. If your iteration matches perfectly, chances are, someone is playing with the numbers. Reality is just too difficult to have a burndown chart that matches this exactly. Late Planning Iteration started, but the team didn’t. You can tell this by the fact that the real number of estimated hours didn’t appear until day two. In the cumulative flow, you can also see that nothing was defined in Day one and two. You want to avoid situations like this. You’ll note that the team had to burn faster than is ideal to meet the iteration because of the late planning. This often results in long weeks and days. Testing Starved Determining whether or not testing is starved is difficult without the cumulative flow. The pattern in the burndown could be nothing more that developers not completing stories early enough or could be caused by stories being too big. With the cumulative flow, however, you see that only small bites are in progress and stories were completed early, but testing didn’t start testing until the end of the iteration, and didn’t complete testing all stories in the iteration. When this happens, question whether or not your testing resources are sufficient for your team and whether or not acceptance is adequately defined. No Testing With this one, both graphs show the same thing; the team needs testers and testing! Without testing, what was completed cannot be verified to make sure that it is acceptable to the business. If you find yourself in this situation, review your testing practices and acceptance testing process and make changes today. Late Development With this situation, both graphs tell a story. In the top graph, you can see that the hours failed to burn down as quickly as the team expected. This could be caused by the team not correctly estimating their hours or the team could have had illness or some other issue that affected them. Often, when teams are tackling something that is more unknown, they’ll run into technical barriers that cause the burn down to happen slower than expected. In the cumulative flow graph, you can see that not much was completed in the first few days. This could be because of illness or technical barriers or simply poor estimation. Testing was able to keep up with everything that was completed, however. No Tool Updating When you see graphs that look like this, you can be assured that it’s because the team is not updating the tool that generates the graphs. Review your policy for when they are to update. On the teams that I run, I require that each team member updates the tool at least once daily. You should also check to see how well the team is breaking down stories into tasks. If they’re creating few large tasks, graphs can look similar to this. As a general rule, I never allow tasks, other than Unit Testing and Uncertainty, to be greater than eight hours in duration. Scope Increase I always encourage team members to enter in however much time they think they have left on a task, even if that means increasing the total amount of time left to do. You get a much better and more realistic picture this way. Increasing time remaining could explain the burndown graph, but by looking at the cumulative flow graph, we can see that stories were added to the iteration and scope was increased. Since planning should consume all of the hours in the iteration, this is almost always a bad thing. If the scope change happened late in the iteration and the hours remaining were well below the ideal burn, then increasing scope is probably o.k., but estimation needs to get better. However, with the charts above, that’s clearly not what happened and the team was required to do extra work to make the iteration. If you find this happening, your product owner and ScrumMasters need training. The team also needs to learn to say no. Scope Decrease Scope decreases are just as bad as scope increases. Usually, graphs above show that the team did a poor job of estimating their stories and part way through had to reduce scope to change the iteration. This will happen once in a while, but if you find it’s a pattern on your team, you need to re-evaluate planning. Some teams are hopelessly optimistic. In those cases, I’ll introduce a task I call “Uncertainty.” With Uncertainty, the team estimates how many hours they might need if things don’t go well with the tasks they’ve defined. They try to estimate things that could go poorly and increase the time appropriately. Having an Uncertainty task allows them to have a low and high estimate. Uncertainty should not just be an arbitrary buffer. It must correlate to real uncertainty in the tasks that have been defined. Stories are too Big Often, we see graphs like the ones above. Note that the burndown looks fairly good, other than the chunky acceptance of stories. However, when you look at cumulative flow, you can see that at one point, everything is in progress. This is a bad thing. When you see graphs like this, you’re in one of two states. You may just have a very small team and can only handle one or two stories in your iteration. If you have more than one or two people, then the most likely problem is that your stories are far too big. To combat this, break large high hour stories into smaller pieces that can be completed independently and accepted independently. If you don’t, you’ll likely be requiring your testers to do heroic things to complete testing on the last day of the iteration and you’re much more likely to have the entire iteration fail, because of the limited amount of things that can be completed. Summary There are other charts that can be useful when doing scrum. If you don’t have any big visible charts, you really need to evaluate your process and change. These charts can provide the team a wealth of information and help you write better software.
