  • Something about Property Management or &hellip; the understanding of SharePoint Admins/roles ?!?

    When I talk about SharePoint, for some reason it comes to my mind as if it were property management and all the tasks associated with it. So, imagine you have a lot ( a piece of land of sorts), you then decide there is something you want to do with it.  So, you make the choice of having a building built.  Now, in order to go forward with your plan, you need to check what the rules/regulations are.  Has is it been zoned residential, commercial, industrial … you get the idea.  This to me sounds like Governance.  The what am I to do given a defined set of rules. We keep on moving forward based on those rules.  And with this we start the process of building, the building process takes us to survey the land, identify what our boundaries are.  And as we go along we start getting the idea in our head as to what we will do as far as the building goes.  We identify the essentials of the building, basic services and such.  All in all, we plan.  And as with many things we do, we like solid foundations.  What a solid foundation looks like will depend on where and what we build.  The way buildings are built depends in many ways in being able to foresee the potential for natural disasters or to try to leverage the lay of the land.  Sound familiar?  We have done our Requirements Gathering. We have the building in place, we have followed the zoning rules, we have implemented services.  But we need someone to manage the building, now we move on to the human side of the story.  We want to establish a means to normalcy in the building, someone that can be the monitoring agent as to the “what’s going on?” of it.  This person will be tasked with making sure all basic services are functional, that measures are taken if there is an issue and so on.  Enter the Farm Administrator. In a way, we establish an extension of the rules to make sure the building and the apartments/offices build follow a standard set of rules too. Now, in turn you will have people leasing or buying the apartments/offices, they will be the keepers of that space.  So, now we are building sites, we have moved from having the building (farm) ready, to leasing/selling offices/apartments (site collections).  There will be someone assuming responsibility for those offices, that person will authorize or be informed about activities and also who not only gets a code into the building, but perhaps a key to the office.  Enter Site Collection Administrator.  And then perhaps we move on to the person that would be responsible for specifics within the office, for example a Human Resources Manager or Coordinator.  They will have specific control and knowledge about people.  A facilities coordinator, and so on.  I would translate that into Site Administrators. With that said then, we identify the following: Role Name Responsibility (but not limited to) Farm Administrator Infrastructure Site Collection Admin Policies for Content, Hierarchy, Recycle Bin, Security and Access Site Owner (Site Admin) Security and Access, Training, Guidance, Manage Templates All in all there are different levels of responsibility to be handled, but it is very important to understand what they are and what they mean.   • Investigating Strategies For Functional Decomposition

    Introducing Functional Decomposition Before I begin I must apologise. I think I am using the term ‘functional decomposition’ loosely, and probably incorrectly. For the purpose of this article I use functional decomposition to mean the recursive splitting of a large problem into increasingly smaller ones, so that the one large problem may be solved by solving a set of smaller problems. The justification for functional decomposition is that the decomposed problem is more easily solved. As software developers we recognise that the smaller pieces are more easily tested, since they do less and are more cohesive. Functional decomposition is important to all scientific pursuits. Once we understand natural selection we can start to look for humanities ancestral species, once we understand the big bang we can trace our expanding universe back to its origin. Isaac Newton acknowledged the compositional nature of his scientific achievements: If I have seen further than others, it is by standing upon the shoulders of giants   The Two Strategies For Functional Decomposition of Computer Programs Private Methods When I was working on my undergraduate degree I was taught to functionally decompose problems by using private methods. Consider the problem of painting a house. The obvious solution is to solve the problem as a single unit: public void PaintAHouse() { // all the things required to paint a house ... } We decompose the problem by breaking it into parts: public void PaintAHouse() { PaintUndercoat(); PaintTopcoat(); } private void PaintUndercoat() { // everything required to paint the undercoat } private void PaintTopcoat() { // everything required to paint the topcoat } The problem can be recursively decomposed until a sufficiently granular level of detail is reached: public void PaintAHouse() { PaintUndercoat(); PaintTopcoat(); } private void PaintUndercoat() { prepareSurface(); fetchUndercoat(); paintUndercoat(); } private void PaintTopcoat() { fetchPaint(); paintTopcoat(); } According to Wikipedia, at least one computer programmer has referred to this process as “the art of subroutining”. The practical issues that I have encountered when using private methods for decomposition are: To preserve the top level API all of the steps must be private. This means that they can’t easily be tested. The private methods often have little cohesion except that they form part of the same solution. Decomposing to Classes The alternative is to decompose large problems into multiple classes, effectively using a class instead of each private method. The API delegates to related classes, so the API is not polluted by the sub-steps of the problem, and the steps can be easily tested because they are each in their own highly cohesive class. Additionally, I think that this technique facilitates better adherence to the Single Responsibility Principle, since each class can be decomposed until it has precisely one responsibility. Revisiting my previous example using class composition: public class HousePainter { private undercoatPainter = new UndercoatPainter(); private topcoatPainter = new TopcoatPainter(); public void PaintAHouse() { undercoatPainter.Paint(); topcoatPainter.Paint(); } } Summary When decomposing a problem there is more than one way to represent the sub-problems. Using private methods keeps the logic in one place and prevents a proliferation of classes (thereby following the four rules of simple design) but the class decomposition is more easily testable and more compatible with the Single Responsibility Principle.

  • Design patterns for Caching Images in a MVC?

    Hi, I'm designing an image cache system that will be used in an MVC CMS. The main purpose of the image cacher is to modify images: scale, crop, etc and cache them in the client site. I have created an image cache Model and Mapper that interact with the Database, to keep track of the images and know what kind of actions have been applied to them (scale, crop, etc). In addition to the Model and Mapper I have created a ImageCacher Class that is used by the API to manage the Model and image creation based on arguments passed by the client site, this class creates the images and generates the links to the images for the View. A coworker argued that I need to include the functionality of this last Class inside the Model, as the bulk of the logic should go in the model. I respectfully disagree with him since I feel the model's responsibility is to deal with the information about the images cached at the database level, and the responsibility of the ImageCacher Class is to create the url/image that we will be caching (keeping the single responsibility principle). In addition to this I believe that a model should not have Presentation-related features, like creating or showing images. Does anyone have any insight on this? is there a particular design pattern that would make this division of tasks clear and and the image cacher reusable? Should I add all the logic in the Model?     Software that we write has ramifications in the real world. If not, it wouldn't be very useful. Thus, it has the potential to sweep across the world faster than a deadly manmade virus or to affect society every bit as much as genetic manipulation. Maybe we can't see how right now, but in the future our code will have ever-greater potential for harm or good. Of course, there's the issue of hacking. That's clearly a crime. Or is it that clear? Isn't hacking acceptable for our government in the event of national security? What about for other governments? Cases of life-and-death emergency? Tracking down deadbeat parents? Screening the genetic profile of job candidates? Where is the line drawn? Who decides? Do programmers have responsibility for how their code is used? What if a programmer writes code to pry into confidential information or copy-protected material? Does he bear responsibility along with the person who used the program? What about a programmer who knowingly or unknowingly writes code to "fix the books?" Should he be liable?

  • When module calling gets ugly

    Has this ever happened to you? You've got a suite of well designed, single-responsibility modules, covered by unit tests. In any higher-level function you code, you are (95% of the code) simply taking output from one module and passing it as input to the next. Then, you notice this higher-level function has turned into a 100+ line script with multiple responsibilities. Here is the problem. It is difficult (impossible) to test that script. At least, it seems so. Do you agree? In my current project, all of the bugs came from this script. Further detail: each script represents a unique solution, or algorithm, formed by using different modules in different ways. Question: how can you remedy this situation? Knee-jerk answer: break the script up into single-responsibility modules. Comment on knee-jerk answer: it already is! Best answer I can come up with so far: create higher-level connector objects which "wire" modules together in particular ways (take output from one module, feed it as input to another module). Thus if our script was: FooInput fooIn = new FooInput(1, 2); FooOutput fooOutput = fooModule(fooIn); Double runtimevalue = getsomething(fooOutput.whatever); BarInput barIn = new BarInput( runtimevalue, fooOutput.someOtherValue); BarOutput barOut = barModule(BarIn); It would become with a connector: FooBarConnectionAlgo fooBarConnector = new fooBarConnector(fooModule, barModule); FooInput fooIn = new FooInput(1, 2); BarOutput barOut = fooBarConnector(fooIn); So the advantage is, besides hiding some code and making things clearer, we can test FooBarConnectionAlgo. I'm sure this situation comes up a lot. What do you do?

  • how to deal with controller mutations

    During development process, things are constantly changing (especially in early phases). Requirements change, UI changes, everything changes. Pages that clearly belonged to specific controller, mutated to something completely different in the future. For example. Lets say that we have website for managing Projects. One page of the website was dedicated to managing existing, and inviting new members of specific project. Naturally, I created members controller nested under projects which had proper responsibility. Later in the development, it turned out that it was the only page that was "configuring the project" in some way, so additional functionalities were added to it: editing project description setting project as a default ... In other words, this page changed its primary responsibility from managing project members to managing project itself. Ideally, this page should be moved to "edit" action of "projects" controller. That would mean that all request and controller specs need to refactored too. Is it worth the effort? Should it be done? Personally, I am really starting to dislike the 1-1 relationship between views and controllers. Its common situation that we have 1 page (view) that handles 2 or more different resources. I think we should have views completely decoupled from controllers, but rails is giving us hard time to achieve this. I know that AJAX can be used to solve this issue, but I consider it an improvisation. Is there some other kind of architecture (other than MVC) that decouples views from controllers?

  • Are ORM's counterproductive to OO design?

    In OOD, design of an object is said to be characterized by its identity and behavior. Having used OR/M's in the past, the primary purpose, in my opinion, revolves around the ability to store/retrieve data. That is to say, OR/M objects are not design by behavior, but rather data (i.e. database tables). Case and point: Many OR/M tools come with a point-to-a-database-table-and-click-object-generator. If objects are no longer characterized by behavior this will, in my opinion, muddy the identity and responsibility of the objects. Subsequently, if objects are not defined by a responsibility this could lend a hand to having tightly coupled classes and overall poor design. Furthermore, I would think that in an application setting, you would be heading towards scalability issues. So, my question is, do you think that ORM's are counterproductive to OO design? Perhaps the underlying question would be whether or not they are counterproductive to application development.

  • Overriding properties of child view controller vs setting them via parent view controller

    If you want to modify the default behaviour of a View Controller by changing the value of one of its properties, is it considered better form to instantiate the class and set its property directly, or subclass it and override the property? With the former it would become the parent View Controller's responsibility to configure its children, whereas with the latter the children would effectively configure themselves. EDIT: Some more information: The class I am referring to is FetchedTableViewController, a subclass of UITableViewController that I made to display the results of a Core Data fetch operation. There are two places I want to display the results of a fetch, and they each have different fetch requests. I'm trying to decide whether it's better to create a subclass for each one, and override the fetchRequest property, or make it the responsibility of the parent controller to set the fetchRequest property for its children.

In this entry, Sara created an overview on how Oracle ADF pages can be embedded into an Oracle Application Framework region. This is a very interesting approach that will enable those of you who are exploring ADF as a technology stack to enhanced some of the Oracle E-Business Suite flows and leverage your skill on Oracle Applications Framework (OAF). In upcoming entries we will start unveiling the internals needed to achieve session sharing between the regions. Stay tuned for more entries and enjoy this new post.   Document Scope This document only covers information that is specific to embedding an Oracle ADF page in an Oracle Application Framework–based page. It assumes knowledge of Oracle ADF and Oracle Application Framework development. It also assumes knowledge of the material in My Oracle Support Note 974949.1, “Oracle E-Business Suite SDK for Java” and My Oracle Support Note 1296491.1, "FAQ for Integration of Oracle E-Business Suite and Oracle Application Development Framework (ADF) Applications". Prerequisite Patch Download Patch 12726556:R12.FND.B from My Oracle Support and install it. The implementation described below requires Patch 12726556:R12.FND.B to provide the accessors for the ADF page. This patch is required in addition to the Oracle E-Business Suite SDK for Java patch described in My Oracle Support Note 974949.1. Development Environments You need two different JDeveloper environments: Oracle ADF and OA Framework. Oracle ADF Development Environment You build your Oracle ADF page using JDeveloper 11g. You should use JDeveloper 11g R1 (the latest is 11.1.1.6.0) if you need to use other products in the Oracle Fusion Middleware Stack, such as Oracle WebCenter, Oracle SOA Suite, or BI. You should use JDeveloper 11g R2 (the latest is 11.1.2.3.0) if you do not need other Oracle Fusion Middleware products. JDeveloper 11g R2 is an Oracle ADF-specific release that supports the latest Java EE standards and has various core improvements. Oracle Application Framework Development Environment Build your OA Framework page using a development environment corresponding to your Oracle E-Business Suite version. You must use Release 12.1.2 or later because the rich content container was introduced in Release 12.1.2. See “OA Framework - How to find the correct version of JDeveloper to use with eBusiness Suite 11i or Release 12.x” (My Oracle Support Doc ID 416708.1). Building your Oracle ADF Page Typically you build your ADF page using the session management feature of the Oracle E-Business Suite SDK for Java as described in My Oracle Support Note 974949.1. Also see My Oracle Support Note 1296491.1, "FAQ for Integration of Oracle E-Business Suite and Oracle Application Development Framework (ADF) Applications". Building an ADF Page with the Hierarchy Viewer If you are using the ADF hierarchy viewer, you should set up the structure and settings of the ADF page as follows or the hierarchy viewer may not fill the entire area it is supposed to fill (especially a problem in Firefox). Create a stretchable component as the parent component for the hierarchy viewer, such as af:panelStretchLayout (underneath the af:form component in the structure). Use af:panelStretchLayout for Oracle ADF 11.1.1.6 and earlier. For later versions of Oracle ADF, use af:panelGridLayout. Create your hierarchy viewer component inside the stretchable component. Create Function in Oracle E-Business Suite Instance In your Oracle E-Business Suite instance, create a function for your ADF page with the following parameters. You can use either the Functions window in the System Administrator responsibility or the Functions page in the Functional Administrator responsibility. Function Function Name Type=External ADF Function (ADFX) HTML Call=GWY.jsp?targetPage=faces/<your ADF page> ">You must also add your function to an Oracle E-Business Suite menu or permission set and set up function security or role-based access control (RBAC) so that the user has authorization to access the function. If you do not want the function to appear on the navigation menu, add the function without a menu prompt. See the Oracle E-Business Suite System Administrator's Guide Documentation Set for more information. Testing the Function from the Oracle E-Business Suite Home Page It’s a good idea to test launching your ADF page from the Oracle E-Business Suite Home Page. Add your function to the navigation menu for your responsibility with a prompt and try launching it. If your ADF page expects parameters from the surrounding page, those might not be available, however. Setting up the Oracle Application Framework Rich Container Once you have built your Oracle ADF 11g page, you need to embed it in your Oracle Application Framework page. Create Rich Content Container in your OA Framework JDeveloper environment In the OA Extension Structure pane for your OAF page, select the region where you want to add the rich content, and add a richContainer item to the region. Set the following properties on the richContainer item: id Content Type=Others (for Release 12.1.3. This property value may change in a future release.) Destination Function=[function code] Width (in pixels or percent, such as 100%) Height (in pixels) Parameters=[any parameters your Oracle ADF page is expecting to receive from the Oracle Application Framework page] Parameters In the Parameters property, specify parameters that will be passed to the embedded content as a list of comma-separated, name-value pairs. Dynamic parameters may be specified as paramName={@viewAttr}. Dynamic Rich Content Container Properties If you want your rich content container to display a different Oracle ADF page depending on other information, you would set up a different function for each different Oracle ADF page. You would then set the Destination Function and Parameters properties programmatically, instead of setting them in the Property Inspector.   • Developer’s Life – Every Developer is a Spiderman

    I have to admit, Spiderman is my favorite superhero.  The most recent movie recently was released in theaters, so it has been at the front of my mind for some time. Spiderman was my favorite superhero even before the latest movie came out, but of course I took my whole family to see the movie as soon as I could!  Every one of us loved it, including my daughter.  We all left the movie thinking how great it would be to be Spiderman.  So, with that in mind, I started thinking about how we are like Spiderman in our everyday lives, especially developers. Let me list some of the reasons why I think every developer is a Spiderman. We have special powers, just like a superhero.  There is a reason that when there are problems or emergencies, we get called in, just like a superhero!  Our powers might not be the ability to swing through skyscrapers on a web, our powers are our debugging abilities, but there are still similarities! Spiderman never gives up.  He might not be the strongest superhero, and the ability to shoot web from your wrists is a pretty cool power, it’s not as impressive as being able to fly, or be invisible, or turn into a hulking green monster.  Developers are also human.  We have cool abilities, but our true strength lies in our willingness to work hard, find solutions, and go above and beyond to solve problems. Spiderman and developers have “spidey sense.”  This is sort of a joke in the comics and movies as well – that Spiderman can just tell when something is about to go wrong, or when a villain is just around the corner.  Developers also have a spidey sense about when a server is about to crash (usually at midnight on a Saturday). Spiderman makes a great superhero because he doesn’t look like one.  Clark Kent is probably fooling no one, hiding his superhero persona behind glasses.  But Peter Parker actually does blend in.  Great developers also blend in.  When they do their job right, no one knows they were there at all. “With great power comes great responsibility.”  There is a joke about developers (sometimes we even tell the jokes) about how if they are unhappy, the server or databases might mysteriously develop problems.  The truth is, very few developers would do something to harm a company’s computer system – they take their job very seriously.  It is a big responsibility. These are just a few of the reasons why I love Spiderman, why I love being a developer, and why I think developers are the greatest.  Let me know other reasons you love Spiderman and developers, or if you can shoot webs from your wrists – I might have a job for you.   • Looking for Your Next Challenge...Don't Stretch Too Far

    In my role as a Recruiter at Oracle I receive a large number of resumes of people who are interested in working with us. People contact me for a number of reasons, it can be about a specific role that we may be hiring for or they may send me an email asking if there are any suitable roles for them. Sometimes when I speak to people we have similar roles available to the roles that they may actually be in now. Sometimes people are interested in making this type of sideways move if their motivation to change jobs is not necessarily that they are looking for increased responsibility or career advancement (example: money, redundancy, work environment). However there are times when after walking through a specific role with a candidate that they may say to me - "You know that is very similar to the role that I am doing now. I would not want to move unless my next role presents me with the next challenge in my career". This is a far statement - if a person is looking to change jobs for the next step in their career they should be looking at suitable opportunities that will address their need. In this instance a sideways step will not really present any new challenges or responsibilities. The main change would be the company they are working for. Candidates looking for a new role because they are looking to move up the ladder should be looking for a role that offers them the next level of responsibility. I think the best job changes for people who are looking for career advancement are the roles that stretch someone outside of their comfort zone but do not stretch them so much that they can't cope with the added responsibilities and pressure. In my head I often think of this example in the same context of an elastic band - you can stretch it, but only so much before it snaps. That is what you should be looking for - to be stretched but not so much that you snap. If you are for example in an individual contributor role and would like to move into a management role - you may not be quite ready to take on a role that is managing a large workforce or requires significant people management experience. While your intentions may be right, your lack of management experience may fit you outside of the scope of search to be successful this type of role. In this example you can move from an individual contributor role to a management role but it may need to be managing a smaller team rather than a larger team. While you are trying to make this transition you can try to pick up some responsibilities in your current role that would give you the skills and experience you need for your next role. In Oracle Utilities Application Framework V4.2.0.0.0 the following features are being announced for deprecation in the next release or have been previously announced and are not being delivered with this version of the Oracle Utilities Application Framework: ·         No SQL Server Support – Oracle Utilities Application Framework V4.2.0.0.0 or above does not ship with any support for SQL Server. ·         No MPL Support – Oracle Utilities Application Framework V4.2.0.0.0 or above does not ship with the Multi-Purpose Listener (MPL) component of the XML Application Integration (XAI) component. Customers using the MPL should migrate to Oracle Service Bus. ·         No provided Crystal Reports/Business Objects Interface – Oracle Utilities Application Framework V4.2.0.0.0 or above does not ship with a supported Crystal Reports/Business Objects Interface. This facility is now available as downloadable customization for existing or new customers. Responsibility for maintenance and new features is now individual customer's responsibility. ·         XAI Servlet deprecation – The XAI Servlet (xaiserver and classicxai) will be removed in the next release of the Oracle Utilities Application Framework. Customers are encouraged to migrate to the native Web Services Support as outlined in XAI Best Practices whitepaper available from My Oracle Support (Doc Id: 942074.1). ·         ConfigLab deprecation – The ConfigLab facility will be removed in the next release of Oracle Utilities Application Framework for products it is shipped with.   • PASS 13 Dispatches: moving to the cloud

    PASS Summit 13, Day 1 keynote by Quentin Clarke and we're hearing about “redefiniing mission critical in the cloud”. With a move to the Windows Azure cloud comes the promise of capacity on demand, automatic HA, backups, patching and so on, as well as passing responsibility to MS for managing hardware, upgrades and so on. However, for many databases and applications the best route to the cloud is not necessarily obvious. For most, the path of least resistance is IaaS – SQL Server in a Azure VM. It removes the hardware burden but you still have to manage your databases and implementing HA for SQL Server is your responsibility. Also, scaling up comes at quite a cost – the biggest VM (8 CPU cores, 56 GB RAM, 16 1TB drives with 500 IOPS each) weighs in at over over $4500 per month. With PaaS, in the form of Windows SQL Database, you get a “3-copies replica set” so HA comes out-of the box, and removes the majority of the administration burden, but you are moving your database into a very different environment. For a start, it's a shared environment, with other customers using the same compute nodes in the cluster, and potentially even sharing the same database (multi-tenancy). Unless you pay for SQL DB Premium edition, the resources available for your workload will depends on how nicely others “play” in the shared environment. You'll potentially need to do a lot of tuning, and application rewriting to avoid throttling issues, optimising application-database communication to deal with increased latency between the two, and so on. You'll need aggressive application caching. You'll also need retry logic and to deal with (expected) node failure and the need to reconnect. In Tuesday's PASS Summit pre-con from the SQLCAT team, they spent a lot of time covering some of the telemetric techniques (collect into Azure storage the necessary monitoring data) to perform capacity planning, work out the hotspots and bottlenecks in your cloud applications. Tools like WAD (Windows Azure Diagnostics), performance counters SQL Database DMVs, and others, will be essential. Of course, to truly exploit the vast horizontal scaling that is available from the existence of thousands of compute nodes, you'll also need to need to consider how to “shard” your data so Azure can move it between nodes at will. Finding the right path to the Cloud isn't easy, but it's coming. I spoke to people one year ago who saw no real benefit in trying to move their infrastructure and databases to the cloud, but now at their company, it's the conversation that won't go away. Tony.

    Overview Your organization (executives, managers, and employees) understands the value of having written business process documents (process maps, procedures, instructions, reference documents, and form abstracts). Policies and procedures should be documented because they help to reduce the range of individual decisions and encourage management by exception: the manager only needs to give special attention to unusual problems, not covered by a specific policy or procedure. As more and more procedures are written to cover recurring situations, managers will begin to make decisions which will be consistent from one functional area to the next.Companies should take a project management approach when implementing an environment for a sustainable documentation program and do the following:1. Identify an Executive Champion2. Put together a winning team3. Assign ownership4. Centralize publishing5. Establish the Document Maintenance Process Up Front6. Document critical activities only7. Document actual practice8. Minimize documentation9. Support continuous improvement10. Keep it simple 1. Identify an Executive ChampionAppoint a top down driver. Select one key individual to be a mentor for the procedure planning team. The individual should be a senior manager, such as your company president, CIO, CFO, the vice-president of quality, manufacturing, or engineering. Written policies and procedures can be important supportive aids when known to express the thinking for the chief executive officer and / or the president and to have his or her full support. 2. Put Together a Winning TeamChoose a strong Project Management Leader and staff the procedure planning team with management members from cross functional groups. Make sure team members have the responsibility - and the authority - to make things happen.The winning team should consist of the Documentation Project Manager, Document Owners (one for each functional area), a Document Controller, and Document Specialists (as needed). The Tutor Implementation Guide has complete job descriptions for these roles. 3. Assign Ownership It is virtually impossible to keep process documentation simple and meaningful if employees who are far removed from the activity itself create it. It is impossible to keep documentation up-to-date when responsibility for the document is not clearly understood.Key to the Tutor methodology, therefore, is the concept of ownership. Each document has a single owner, who is responsible for ensuring that the document is necessary and that it reflects actual practice. The owner must be a person who is knowledgeable about the activity and who has the authority to build consensus among the persons who participate in the activity as well as the authority to define or change the way an activity is performed. The owner must be an advocate of the performers and negotiate, not dictate practices.In the Tutor environment, a document's owner is the only person with the authority to approve an update to that document. 4. Centralize Publishing Although it is tempting (especially in a networked environment and with document management software solutions) to decentralize the control of all documents -- with each owner updating and distributing his own -- Tutor promotes centralized publishing by assigning the Document Administrator (gate keeper) to manage the updates and distribution of the procedures library. 5. Establish a Document Maintenance Process Up Front (and stick to it) Everyone in your organization should know they are invited to suggest changes to procedures and should understand exactly what steps to take to do so. Tutor provides a set of procedures to help your company set up a healthy document control system. There are many document management products available to automate some of the document change and maintenance steps. Depending on the size of your organization, a simple document management system can reduce the effort it takes to track and distribute document changes and updates. Whether your company decides to store the written policies and procedures on a file server or in a database, the essential tasks for maintaining documents are the same, though some tasks are automated. 6. Document Critical Activities Only The best way to keep your documentation simple is to reduce the number of process documents to a bare minimum and to include in those documents only as much detail as is absolutely necessary. The first step to reducing process documentation is to document only those activities that are deemed critical. Not all activities require documentation. In fact, some critical activities cannot and should not be standardized. Others may be sufficiently documented with an instruction or a checklist and may not require a procedure. A document should only be created when it enhances the performance of the employee performing the activity. If it does not help the employee, then there is no reason to maintain the document. Activities that represent little risk (such as project status), activities that cannot be defined in terms of specific tasks (such as product research), and activities that can be performed in a variety of ways (such as advertising) often do not require documentation. Sometimes, an activity will evolve to the point where documentation is necessary. For example, an activity performed by single employee may be straightforward and uncomplicated -- that is, until the activity is performed by multiple employees. Sometimes, it is the interaction between co-workers that necessitates documentation; sometimes, it is the complexity or the diversity of the activity.7. Document Actual Practices The only reason to maintain process documentation is to enhance the performance of the employee performing the activity. And documentation can only enhance performance if it reflects reality -- that is, current best practice. Documentation that reflects an unattainable ideal or outdated practices will end up on the shelf, unused and forgotten.Documenting actual practice means (1) auditing the activity to understand how the work is really performed, (2) identifying best practices with employees who are involved in the activity, (3) building consensus so that everyone agrees on a common method, and (4) recording that consensus.8. Minimize Documentation One way to keep it simple is to document at the highest level possible. That is, include in your documents only as much detail as is absolutely necessary.When writing a document, you should ask yourself, What is the purpose of this document? That is, what problem will it solve?By focusing on this question, you can target the critical information.• What questions are the end users likely to have?• What level of detail is required?• Is any of this information extraneous to the document's purpose? Short, concise documents are user friendly and they are easier to keep up to date. 9. Support Continuous Improvement Employees who perform an activity are often in the best position to identify improvements to the process. In other words, continuous improvement is a natural byproduct of the work itself -- but only if the improvements are communicated to all employees who are involved in the process, and only if there is consensus among those employees.Traditionally, process documentation has been used to dictate performance, to limit employees' actions. In the Tutor environment, process documents are used to communicate improvements identified by employees. How does this work? The Tutor methodology requires a process document to reflect actual practice, so the owner of a document must routinely audit its content -- does the document match what the employees are doing? If it doesn't, the owner has the responsibility to evaluate the process, to build consensus among the employees, to identify "best practices," and to communicate these improvements via a document update. Continuous improvement can also be an outgrowth of corrective action -- but only if the solutions to problems are communicated effectively. The goal should be to solve a problem once and only once, which means not only identifying the solution, but ensuring that the solution becomes part of the process. The Tutor system provides the method through which improvements and solutions are documented and communicated to all affected employees in a cost-effective, timely manner; it ensures that improvements are not lost or confined to a single employee. 10. Keep it Simple Process documents don't have to be complex and unfriendly. In fact, the simpler the format and organization, the more likely the documents will be used. And the simpler the method of maintenance, the more likely the documents will be kept up-to-date. Keep it simply by:• Minimizing skills and training required• Following the established Tutor document format and layout• Avoiding technology just for technology's sake No other rule has as major an impact on the success of your internal documentation as -- keep it simple.     The South Florida Chapter of the Project Management Institute is planning a Job Fair slated for September 2010. This year has seen a significant improvement in the job market with many surveyed companies indicating their intention to add temporary or permanent staff to their workforce in the near future.   The Job Fair Initiative fits well within the chapter's message and goal for this year: "Exercising Social Responsibility" - Our responsibility as PMI volunteers at all levels towards our members and surrounding community.   Our Free-to-members Annual Job Fair will play an important role in connecting Recruiters, Exhibitors and Job Seekers together thereby helping hiring companies gain access to a large talent pool at an affordable cost (Totally free in certain cases, details to be revealed once finalized) while giving job seekers centralized access to many reputable hiring companies in the South Florida area.   My involvement in the 2010 Job Fair started with a good conversation I had with Bernie Saenz, President and CEO of the South Florida PMI Chapter, in a networking event a few months ago. I had approached him with a few ideas in line with his goal to serve the community and our members given today's difficult economic climate. Bernie indicated that the Project Manager for the 2010 Job Fair had just been appointed and invited me to participate in this important initiative as a member of her team. I simply couldn't resist and gladly accepted the invitation.   I chose an initial role as Recruiter Relations Lead which entails developing documentation and timelines for our project plan with regards to Recruiter Engagement as well as reaching out to recruiting companies to meet target representation at the Job Fair.   Being heavily involved in the local Technical community has afforded me the privilege of coming in contact with many reputable Technology Recruiting companies.     Excerpt from Profit Magazine - by David Rosenbaum When Marcos Baccetto was first asked to be the business-side project lead on Eaton Corporation’s Vehicle Group South America (VGSA) Oracle project, the operations services manager responsible for running manufacturing was, he confesses, “a little afraid” because of his lack of IT experience. Today, Baccetto calls the project “a fantastic experience,” and he is a true believer in the benefits of a close relationship between IT implementers and their line-of-business peers. Through his partnership with Jesiele Lima, then VGSA IT manager, Baccetto and Eaton’s South American operations team came to understand several important principles of business and IT. Here he shares nine tips managers should consider when working on an enterprise technology project. 1. Make it a business project, not an IT project. All levels of functional management must have ownership, responsibility, and accountability for the success of the implementation. 2. Share responsibility. Business owners should sign off on tests and data conversion. 3. Clean your data. Dedicating a team to improve core data quality prior to project launch can be a significant time-saver. 4. Select resources properly. Have functional people who can translate business needs to IT and can influence organizational change. 5. Manage scope. Follow project management methodologies and disciplines. 6. Adopt common processes, global solutions. Avoid customized, local solutions. The big-picture business goals can get lost in the details. 7. Implement processes prior to the go-live date. Change management can be key. Keep the workforce informed and train users in advance. 8. Define metrics milestones.     As much as we try and create inclusive societies throughout the globe time and time again we revert to our tribal and clan origins back in the distant past, be those line split across the obvious like  Nationality, Religion or even the Football teams we follow. Microsoft to me has always been a “them”. I was always on the outside looking in, free to say as I wished and have an external objective viewpoint. Now, after my first week (well four days but who’s counting) Microsoft is an “us” for me. So when I look up in the Atrium of Building 1 at Microsoft’s UK headquarters I see banners like the one above and I already genuinely feel a part of this much bigger community. I looked up at that and I felt a sense of pride to be part of something bigger, something which is out there touching peoples lives everywhere (for the good and the bad). My objectivity has made me who I am today. I’m open to other ideas and concepts, I’ve worked hard to be understanding across the board be it from technology through to cultural differences in my life and it’s vital to me that I preserve that so I now have to learn how I balance the “them” of Microsoft to the “us” of Microsoft and maintain the objectivity. It’s my job to advise people on the best way to do things, which won’t always mean “Use Microsoft Technology X”, sometimes it’ll be my responsibility to say “Don’t use Microsoft Technology X”. My first and foremost responsibility is to the customer, to give them the best advice that I can and I want to maintain that. Yeah, I’m sure I’ll be tarred by some as a Microsoft guy, for many years I’ve had just that, but those out there in the non Microsoft communities I’ve engaged in I think know that I’m the first to say when I think something is a bit naff. So, here’s my ask to you ‘the community’. Keep me honest. If I start to sound like a fanboi I want you to find me and give me a slap. It’s all too easy to forget reality sometimes and I want to make sure I stay well and truly routed in that reality. Also, no matter how much I embed myself within Microsoft I fear I will never understand Microsoft’s marketing team. In the Gents just under the WP7 banner shown above I was faced with this.
