  • SharePoint, Exchange and Incoming Emails Without Directory Management Services

    Trying to keep this as simple as possible. We've already created the email accounts that we need (e.g. account[1-20]@domain.com) on Exchange/AD. We'd like to now enable incoming emails on SharePoint 2007 lists corresponding to these accounts. My thinking is we don’t need to configure Directory Management Services [2] – the architecture will be simpler without it and the application doesn’t require these services. However, we still need to route messages from Exchange to either local SMTP services (via the connector described in the articles below) or by user-specific drop-folder settings (if permitted by Exchange). So the question is: can we instruct Exchange to use a drop folder just for accounts account[1-20]@domain.com? or do we need to change the accounts to account[1-20]@sharepointsmtp.domain.com and re-route those message to the local SMTP service that will drop them on disk?   • Exchange 2003 automatically converts text/plain emails to text/html for IMAP retrieval

    When accessing an Exchange 2003 server via IMAP, emails that were sent as text/plain (and ones that had no MIME encoding specified at all) get automatically converted to multipart/alternative with the original text/plain body and a text/html body. This is … stupid. It doesn't even bother to specify a monospaced font.   • Users getting 'flooded' with not read notifications (NRNs) for old emails and meeting requests

    I'm being placed under quite a lot of pressure from senior management over a relatively trivial issue. Basically the vast majority of users are complaining that they receive not read notifications (NRNs) for old emails and meeting requests in large numbers multiple times a day. I know something strange is happening because some are delivered at silly times in the morning (i.e 3AM or 4AM). The problem I have is that these some of these NRNs are from meeting requests and messages that are 120 days old, so some users have deleted the original message so I don’t actually know if the NRN is from an email or meeting request.   • Emails from Google Apps to custom SMTP server delayed by 1 hour consistently

    The outgoing mails from Google Apps/Gmail to our own custom SMTP server are getting delayed by 1 hour consistently. mxtoolbox.com diagnostics of our custom SMTP server are looking OK. Our custom SMTP server is receiving emails from other sources (yahoo, hotmail etc.) on time. Looking at the SMTP logs show a delay in a google intermediate SMTP server.     I have a website, and in the "Contact" section I have a form which users may fill in to contact me. The form is a simple form which action is a php page. The problem is not in Outlook, because when I log in to the actual mailprogram where I fetch the POP3 emails from, the email looks the same. When I right click in Outlook and chose "message source" then there is no "From" information. You should know also that I have a VPS, which I manage myself. I use postfix as an emailserver, if thats got anything to do with it. But then again, why does it work sometimes? Also another thing that I have noticed is that sometimes special characters are not shown correctly (by both Outlook and the webmail). For instance, the name "Björkman" in swedish is shown like Björkman, but again, only sometimes. I hope anybody knows something about this problem, because it is very hard to track down for me atleast. If you need more input let me know.

  • gmail download by POP3 won't download all emails. How to reset all emails to not downloaded so that ALL will download?

    I want to download emails from gmail using POP3 with Outlook Express. It downloads about 350 or so emails but doesn't download the remainder - there are over 2000 emails. The emails downloaded are not recent. I've tried disabling and re-enabling POP options in the settings in gmail itself but this doesn't fix the issue. Any ideas? Failing that I would use IMAP. I would try to then copy it locally on my machine to the standard POP Inbox folder in Outlook Express so that Express Archiver (a separate program) can then archive each email as a file with meaningful file names (e.g. subject, sender). I want to download email because I archive back it up with project work material it relates to, so it is all in one place.

  • Emails sent from Coldfusion using the same SMTP/Exchange server works from one machine but fails for another

    First, apologies if this question is too vague or has too little information to really be answerable. I am not normally working with these issues, and I don't have full access to the environment. However, the hosting provider seems to have a hard time tracking down the issue, so I am hoping that someone can at least provide me with some qualified guesses about the most likely problem. Here goes: A client I work for has a hosted IT environment, based on virtual machines running Windows 2008 R2 Standard. Our website, based on Coldfusion 9 was recently migrated from one virtual machine to another, and though Coldfusion is configured in the exact same way, using the same SMTP server, i.e. the client's Exchange server hosted in the same environment and in the same AD as both web servers, sending emails to external recipients is no longer working. It is still working fine when testing from the old machine. This is what I've learnt so far (all emails are sent using a valid from-address on the client's domain): Emails sent to other recipients on the same domain are delivered without any problem. Emails sent to external recipients on other domains are never delivered. When sending emails to both internal and external recipients, no emails are delivered. When receiving one of these emails to an internal address, the sender is now indicated as "[email protected]", while when sent from the old machine, it used to say just "sender". This seems to me that it could hint that the Exchange machine "recognizes" the old web server while it is a stranger to the new. In Coldfusion's mail log, all messages appear to be successfully delivered to the SMTP server. Any ideas what settings to look at, what log entries to search for or how to compare the old web server with the new one will be highly appreciated.

    I'm trying to setup a forwarding only email server. I'm running into the problem where all messages forwarded via postfix are getting put into gmail's spam folder and getting flagged as forged. I'm testing a very similar setup on a cpanel box and their forwarded emails make it through without any problem.   • Sending emails to site subscribers

    I have a site where people enter their email address to be reminded of a weekly posting. I only send them the weekly email that they double-opt-in for. I do not sell, trade, expose, or do anything else with their address. Right now I have a bit of a hack, connecting to a large email providers SMTP server to send the emails. As the site grows I fear that my emails will be marked as spam and that I will be violating the TOS of the provider. I'm considering two options, building an in-house SMTP server or using a mailing list service. Is there a best-known-method for this? I'd really prefer to simply build my email and use a script to send them through the SMTP server rather then use some GUI to build the email and import a list of addresses. But previous experience tells me that running a mail server and not being marked as spam can be difficult. Help!?

    I am running a web service that currently sends confirmation emails out to new users via the gmail smtp servers. As I'm only getting a few new users each day, this hasn't been a problem. I've recently added new features to the webapp that will require a customized message to be sent out to each user every day. Think of this as similar to the regular messages LinkedIn sends out that give you a status report on the activity in your network. Every user's message will be different. With thousands of users, this means thousands of unique messages will be sent each day. Edit: I've since found that these types of email are called "transactional or relationship messages". Spamtacular has a good article on differentiating between marketing and transactional email. I don't think using gmail's smtp servers will cut it anymore, but I don't know that for sure. I don't know what gmail's maximum outgoing messages per account is (it might be 100/day), but they limit outgoing mail to 500 recipients per message. I'm not sending a single message to 500 recipients, but I'm going to be sending 1000's of customized messages with each recipient getting one per day. I'm interested to learn any best practices for doing this (especially for Java-based webapps). Here are some of my thoughts and concerns on it: Should I set up my own outgoing mail server? If I do this, it seems like I'll have all sorts of other issues to worry about, such as preventing mail server abuse, monitoring bounces, allowing ways to opt-out of emails, etc. Are there any tools or services to help with this? Maybe something like OpenEMM or a services like MailChimp? But those seem focused more toward email marketing campaigns. I don't think I should have the webapp itself handle sending emails as it currently is for new user signups. I'm thinking I should setup a separate messaging server that can access the same backend/datastore as the webapp. Thoughts on this? Should I consider setting up some sort of message queueing service to help with this, such as JMS, RabbitMQ, ActiveMQ, etc.? Do I need to provide users a way to opt-out? Do I need to flag these as bulk messages? I don't really consider these email marketing messages, but I'm unsure what is considered appropriate or proper netiquette. Any advice is appreciated. I'm also very interested in open source tools or web services that simplify things and could help me to ramp up as quickly as possible. Thanks!

I would like to ensure delivery of my emails so I was looking around to find a service that would let me send emails. All that I've been able to find so far are services that require a user to opt-in to a list. In other words, I've been unable to find any that will let me send customized messages to individual users. I am currently using swiftmailer for php but would really like to find a service to do this...Anyone know of one? G-Man

    Hey Guys, I signed up with Google apps standard edition for one of my domain names say example.com. I setup the emails like [email protected] - and using the Google Email client and loggin as user contact - if I send emails to users - they arrive in their inbox. But when I send it through my php script running on my hosting account where I have registered the domain example.com - using the same email address [email protected] - it ends up in the Spam folder - I've noticed this in both yahoo and gmail accounts Any tips on how to prevent this from happening.     I'm using Rails to send emails and I just want to send a plain text email (there is no corresponding HTML part). I've noticed that if I just have one file named email.text.plain.erb it actually generates a multipart email with one part (the plain text part) like this: Content-Type: multipart/alternative; boundary=mimepart_4c04a2d34c4bb_690a4e56b0362 --mimepart_4c04a2d34c4bb_690a4e56b0362 Content-Type: text/plain; charset=utf-8 Content-Transfer-Encoding: Quoted-printable Content-Disposition: inline text of the email here... --mimepart_4c04a2d34c4bb_690a4e56b0362-- But if I take out the text.plain part and name it email.erb ActionMailer generates a regular plain text email without multipart like this: Content-Type: text/plain; charset=utf-8 text of the email here... Both work fine most of the time (so this is kind of nitpicky), but I guess my question is whether the second one is more correct. My goal here is just to make sure deliverability is as high as possible across a wide variety of devices and email clients. I've read that plain text emails can have slightly better deliverability rates than html and was just curious if throwing in this multipart (even if it only contained a plain text part) might throw off some of the dumber email clients.   • JBoss Clustered Service that sends emails from txt file

    I need a little push in the right direction. Here's my problem: I have to create an ultra-reliable service that sends email messages to clients whose addresses are stored in txt file on FTP server. Single txt file may contain unlimited number of entries. Most often the file contains about 300,000 entries. Service exposes interface with just two simple methods: TaskHandle sendEmails(String ftpFilePath); ProcessStatus checkProcessStatus(TaskHandle taskHandle); Method sendEmails() returns TaskHandle by which we can ask for ProcessStatus. For such a service to be reliable clustering is necessary. Processing single txt file might take a long time. Restarting one node in a cluster should have no impact on sending emails. We use JBoss AS 4.2.0 which comes with a nice HASingletonController that ensure one instance of service is running at given time. But once a fail-over happens, the second service should continue work from where the first one stopped. How can I share state between nodes in a cluster in such a way that leaves no possibility of sending some emails twice?

    I have process that will be reading emails from an account. The objective of the process is saving to a database those emails with image(s) as attachments. I will be saving sender, subject body and image path (the image will be saved on the process). I will be showing this information on a page so I would like to know all (or most of them :) ) security aspects to cover. I plan to sanitize the subject and body of the email. I can remove most of the tags, probably it would be enough keeping the <p> tag. I'm not sure if I can trust just in a sanitizer. I would like to HTML encode everything except for the <p> tag after sanitize, just in case. Any suggestion? I'm only accepting images as attachment as I said above, any security risk I have to take into account in relation to the attachment? Thanks!

  • Configure Postfix to send/relay emails Gmail (smtp.gmail.com) via port 587

    Hi. Using Centos 5.4, with Postfix. I can do a mail [email protected] subject: blah test . Cc: and the msg gets sent to gmail, but it resides in the spam folder, which is to be expected. My goal is to be able to generate email msgs, and to have them appear in the regular Inbox! As I understand Postfix/Gmail, it's possible to configure Postfix to send/relay mail via the authenticated/valid user using port 587, which would no longer have the mail be seen as spam. I've tried a number of parameters based on different sites/articles from the 'net, with no luck. Some of the articles, actually seem to conflict with other articles! I've also looked over the stacflow postings on this, but i'm still missing something... Also talked to a few people on IRC (Centos/Postfix) and still have questions.. So, i'm turning to Serverfault, once again! If there's someone who's managed to accomplish this, would you mind posting your main.cf, sasl-passwd, and any other conf files that you use to get this working! If I can review your config files, I can hopefully see where I've screwed up, and figure out how to correct the issue.   • Emails getting stuck in "messages with an unreachable destination queue" in Exchange

    There's an exchange server with a problem that I'm trying to solve. There's a couple hundred messages that have been sent out but need journaled. They have been sent out but can't seem to make it to their journaling server. I have verified that the server they need to get to is valid and that the data center hosting the server is not having any problems. What are some other things I should look for to solve this issue? If any more information is needed please feel free to ask.
